exactly so this is this this and this is a big picture issue that we want in The Prado diagram is the other one and an appraisal diagram no matter what you apply it to 80 of the work is done by 20 people that almost applies to everything always because you are always changing that 20 I'm sorry it's the only two things I really learned though so anyhow um no no so anyhow as employees go I I just I'm very empathetic that you have three years of experience and and you're the first in locking in the door is getting the same thing so it was just something for me a time for me to bring this up but the agenda item is to be in accordance with statute and we we have to raise that it tells you how much much so just so you know what ties that part of the Skype it is payroll has to go through every minimum wage position and create a new position because the pay rate doesn't go into effect until January 1st so it's a lot of work and and a lot of people don't understand that that's why we can't give you a date but they will get that this year and you know at the end of the year dinner okay yeah then this here is for the first of January about what we talked about stuff is there any more any more discussion on that if not um Miss Duncan has requested uh to revisit the governing team hands but she had another uh more input for you yeah page 24.
OHS from 1920 uh had 474 enrollments and that's an 80 crease or 80 uh 80 Mark enrollment to 567 this school year so we are making gains in this for dual credit enrollments um but to your point yes I can look at uh demographics of these enrollments and then how we're going about um offering these courses to students largely these are conversations with counselors and things like that too but we can um absolutely offer that uh in Greater capacity just the awareness campaign if nothing else can I so go ahead Eugene no he looks done so all right so way back in the day I went to Dale and graduate 2014 maybe 20 something practically the way you used to be able to get credit for yep so I didn't see that on your list here anywhere I know way if you scored so high on the end exam you could apply and he got like Iowa something credit from some College Iowa State yeah yeah I'll have to look into that to be honest with you I just followed the course catalog right now as I stated yeah look into Project Lead the Way and specifically put that online some of these are naturally a part of that um but and that might be encompassing in some of those numbers but I can get you specifics on pltw yeah I think well I think that's when we don't push but we should because Project Lead the Way is it is it is growing right I mean because stem is growing but I don't think I think I knew about it because I knew about it in our district I don't think that our school district necessarily was pushing that if you got this certain score on the test you actually got three college credits okay for the class so that might be something to look into too sure because I imagine it's the same guy teaching it okay thank you all right moving on to 8.1 superintendent report well good evening board uh November 16th we had our second meeting at the community advisory committee uh we began the meeting with a review of what we talked about from the the previous meeting with a little 308 history then we asked uh asked it or we answered questions that the committee had from the first meeting Dr petsky covered the levy and shared our five-year projections and Mrs dalquist presented and what we're doing to improve academic achievement and then we shared a draft mission statement with the committee and did a multi-group activity to gain feedback from that committee on the draft mission statement and we'll be doing the same activity with the student advisory committee so uh with in hopes of landing on a final mission statement that we can bring back to the board for stuff for approval and next next month in our last meeting the question of Outsourcing certain positions such as our teaching assistance was brought up and I do want the board to know that we are working on creating a document that outlines the positions that we're currently Outsourcing what we're paying for those Services we're also looking at districts in the surrounding area what they pay for the same positions and what vacancies that they have uh and what for what they're paying and we will provide an informational report on January 23rd for the for the board tonight is our last meeting of 2022 I would like to wish the board and anyone viewing from home a happy holiday season as we enter the last few weeks of the first semester and with this that said and thinking about the holiday season coming up our district is fortunate to have local programs that are helping our students and Families in Need and many of these programs rely heavily on the involvement of donations from our SD 308 Community to help them fulfill uh the needs of the local families so I've been told that there are numerous Children and Families uh left needing sponsors this year so I want to highlight a couple of ways people can help Community cares that's a program that helps bring cheer to local families and you can have the opportunity to sign up to sponsor a family or consider volunteering your time on December 5th 17th to help sorting gifts or making deliveries and then Toys for Tots now through December 9th at all of our 308 five are five 308 Junior highs we're collecting toys are donated for Toys for Tots sponsored by the Marine Corps and the Oswego fire department and you can donate any unwrapped uh toy for a child for ages 1 through 13 it's a cost of ten dollars or more and any of our Junior highs between now and then so that is my report for this evening so thank you Mrs Hamilton you very much 8.2 board member comments do you have any board member comments tonight all right I'll make them quick uh a lot of these are very talked about but six legislators from iasb uh I'll talk about three highlights um so sat in listened to about six legislators from two different parties talk about what the um the financial shape of the state looks like as far as education is concerned and they said that ebf was probably going to be funded this year even perhaps 500 up to 500 million I'll remind people that um to fund it properly it really needed 740 million a year so it's still not going to get what it fully it needs fully funded um it probably will get the minimum next year but again uh if you're you're looking three years out you're looking at a deficit the state's looking at an 800 million dollar deficit at that point um so keep that in mind um when it comes to our district uh I sat in on 204's portrait of a graduate uh District I teach in they did something similar called portrait of a learner it's very fascinating and interesting um the district our neighboring District deals with a great deal of misinformation that is that is piped out there uh and it was a great opportunity to bring students and also many uh Community leaders uh from a very large District together and it was an opportunity a great opportunity for them to um bring people together to make sure that they could weather through some very difficult things such as redrawing lines which is always difficult and tool for when that happens and uh helped them when it came to dealing with misinformation when it came to such topics such as that so um it's a great it's a great opportunity however again I go back to our budget it's probably something we can't afford but they were very interested in our student ambassador piece and I think there's an opportunity there because that's something they want to pursue great having a district next door that's also doing that and it's a learning opportunity and a nice exchange there um I sat in about making meetings matter I'll be brutally honest with you uh hands down we pretty much have the longest meetings of anyone without question um I'm someone who doesn't want to diminish discussion I know each of us is passionate about all these topics which I think is good one huge suggestion that I came out of there because I'll be honest with you I didn't I didn't like the idea of diminishing questions or diminishing discussions but one huge suggestion was again to send questions we have early uh so as to move the meeting along I mean we've all had the same you know board trainings um you know we should all be opening those packets as soon as possible so that we're here and we have those questions it doesn't mean questions don't come up as we're having good discussions I get that they do um they're going to and that's great also but um I really think having um those questions ahead of time helps the meeting go quicker maybe that's something we could start with if we are all doing that that's great awesome um but if we're not that's definitely a suggestion that you know would help move the meeting long those are my three I had I have yes go ahead Jen I just wanted to reiterate what was already said in the room because I think it is worth saying I'm so incredibly proud of the presentation that was made by by our student board members both current and uh former they eloquently Amplified their voice and showed how student boys create a high degree of agency for students by students someone in each of the four sessions that I participate in participated in after the 308 session all mention the presentation that was given by our student leaders I thought it was so incredibly impressive I believe that the failure to include student voice is one of the reasons that public education remains stagnant so I'm proud that we're leading the way including student voice holds Educators administrators and board members accountable while ensuring a learner-centered education system not a school-centered education system and creating this Democratic space in our district for students leads to authentic inclusivity of all students but let's not stop here I want to challenge our administrative leaders and our Educators to seek ways to engage students in meaningful decision making from the classroom to our boardroom I also just want to say that there's a lot that goes on behind the scenes that I don't think a lot of our community members see that the board is also working on I want to ensure our taxpayers our community constituencies that many of the of many of the board members have been digging into the finances of our district digging into contracts relationships with vendors why we have some relationships with vendors without contracts when they were initiated when they've been renewed when they are up for Renewal and when they are being Auto renewed we are asking why we're asking how they're being vetted and we are questioning every step along the way we are definitely working to make this information more available to all taxpayers and the board so that we can make better informed and responsible financial decisions that are directly tied to board goals and student outcomes and I think sometimes people don't realize that that is going on behind the scenes but we have definitely been doing that at least since I've been on the board that's all that I wanted share this evening thank you thank you are there any other board comments at this time all right moving on to 8.3 board committee reports we'll start with the equity committee [Music] so we had an equity committee meeting on December 1st we discussed the equity Journey which is um what do you how do you describe that that's a a new feature on the Illinois state report card okay and kind of uh what are what's important dig more into the numbers look at our numbers um what we noticed was uh large gaps in Readiness going into kindergarten first that's gaps between uh you know um with children with low income um special needs um people of color and English learners [Music] um we need to one of the things that we need to concentrate on is getting these children interventions early and in order to do that we need interventionists and we need better practice or not better practices but uh um training on mtss uh tier one tier two practices um oh students need access one of the other things that we need to work on is access to AP and honors classes there's a gap in participation in those classes um by whom what do you mean by home by whom yeah which groups aren't participating sure I think I'll I'll throw a a helpline here so when we look at the uh opportunity Gap we do have a higher percentage of our white and Asian students taking more advanced classes than students from demographic groups uh such as Hispanic or black we also see that our low-income students are not accessing those classes as high levels so we talked about what needs to happen at elementary and Junior High especially in classes around Math and Science that's where we see lower levels and more of an opportunity Gap there so looking at what we're doing with math vocabulary looking what we're doing with math instruction but also making sure that we are pushing our students of color and our low income and even our English Learners as they get their English up to where they should be having access to math and science classes and that's where one of the area areas that we see the biggest opportunity Gap okay thank you you guys just confirm thank you yes or what I was hoping when I was asking Dan the question so um so things are being done that's great but I think I would want to just stay updated on where we are so that it's not episodic but it's uh cultural the things that we're doing to ensure that we have Equity across the board and uh systemically yeah okay thank you for that because I I was also thinking about your question um Eugene also about how how are the students how do they get to participate in the process um that that something that I'd like I'd like an answer to something about you know counselor referral or counselor uh I don't know how the counselors the role that they play in it but again just the process of it I think that it's something that we just have to look at overall to ensure that you know the access is Equitable across the board thank you there's certainly lots of work to be done um one of the the next uh topic that we discussed was um the suspensions and student discipline and the disparities in that and how the how academic performance and um your you know how you feel in your belongings your academic performance actually um makes you feel more welcome so a lot of a lot of the behavior issues that we're seeing is primarily driven by a lack of academic performance and so we need to make sure that we're addressing those issues early um there's a disparity with children with IEPs versus uh not we talked about how [Music] um you it's hard to empathize when there's disabilities that you can't see as well as those that you can um low income again success matters to behavior so there's a disparity between children with low income the rest of the population there was a huge disparity with black males with suspensions and um so practices we need to uh we can just de-escalation diversity a better overall education and early Provide support to help kids uh with their behavior moving forward so once they're you know they had a suspension that we helped them and we we target them to get better better supports the only thing I'll add is I know that correct me if I'm wrong the report card's moving more towards a College and Career Readiness kind of of indicators and so forth and that's what it'll reflect and would like to see again going back to this conversation about um dual dual credit classes and kind of seeing some of those numbers and seeing if those options because I do agree with Ali I think that sometimes you know AP gets pushed and some of those dual credit options okay and now policy oh sorry go ahead you mentioned there was uh disparities in regards to black males and that uh was there any discussion in regards to root cause um or in is there any I guess assessments being done to identify root cause as opposed to uh simply just identifying yes we talked at the meeting there is of course more work to be done but one of the things that uh you know we've identified is we have some students that don't feel that they have a trusted adult or a person that they identify with at school part of that is to increase hiring of diverse staff so that see staff they see themselves represented more often in our staff but also the work that we're doing for and with staff on identifying our own bias and looking at our own learning styles versus learning about other learning styles so that when our climate for learning when we're talking about differentiating instruction and amplifying student voice it's not the aggregate of student voice it's knowing our impact on each of the students that are in the classroom and in our school district and knowing more and getting their voice about what matters to them out of the learning environment it's it's our belief that by amplifying a student voice then you really know your impact and that's what causes change within a system it's important to get in and look at data but until you know the stories of the human beings that are walking through the doors we cannot best identify our instructional practices or make relationships with those students I know we say it all the time but if students don't feel loved when they come in or they don't feel like they've been connected to the best instructional practices in the world aren't going to be as impactful and so we can give my presentation now but I I said in at the triple I conference I set in on Joliet um Joliet District 86 where um they talked about their educational Equity it was phenomenal and just some of the things the practices that they're putting in place but I'll give up an update later Ellie I just like I hate to compare districts but do we have any kind of mentoring program right now like a like Boys to Men or anything set up through there are different schools that have Watchdog types of things where parent dads are coming in and working with students or you know building relationships especially at our elementary schools where we don't have many male staff members and and teachers so they're providing those types of of Role Models um so there are those things can be a fun project for Dr Waller for sure what are the dude what are the names of the two programs at the high schools for mentoring each high school has a mentoring program from outside doesn't matter if and since you're asking about community like we used to men for a long time they just you know like they come in during the school day when the kids are in the building like honestly at the end of the day you have to get kids when you have them and like I have said that a hundred thousand times once they leave your door they're gone like when you have them you have to connect I just think some kind of mentoring program would be something to look into there are some that exist if we don't want to start our own sure all right policy and legislative committee report anything oh so much oh goodness I'm gonna abbreviate uh we had a really long meeting and it was a lot of stuff it was it was oh my God what's his name uh uh I want to say Andrew Nate Nick Nick that's right so the guy from this new press plus yeah so many questions about almost we went through I don't I don't even know how many questions do you 100 maybe more um just over all the sections of policy and just questions about whether we do this and whether we don't do that and whether we plan on doing this and whether we plan on not doing that and at the end of the day they have lots of stuff to look at that we're like oh we should check that out we haven't looked at that for a long long time yeah so it'll be fun it'd be awesome work that we keep saying we're putting on you is that what's happening uh I don't I think the meeting yeah I mean like it was you know this for that person this for that person she has she's got a long list of questions in her little book that she keeps that we could be here all night going over that meeting but at the end of the day um there'll be a lot of things coming forward to the board and a lot of things that maybe we should take a look at in our own policies that I know we didn't really we didn't change anything we just kind of you know asked some questions about what was best practice and you know argued over we wanted lower amounts for money and they wanted higher and um Jen anything to add really point out and thank um mattress and Cade and Ursula they are really taking the onus of this project on over the next year it is it's going to be overwhelming but the end goal and the end product will be pretty amazing so I want to thank the both of them and I want to thank the board for approving this because I think that's going to be a game changer but great job Ali oh I didn't do much that's how Ursula is a word Smith I don't know if you knew this about her but for sure yeah thank you very good um okay now we go on to 9.1 the consent agenda oh you know what um oh did I miss something did I have a was there a teaching and learning I had one on the 15th I don't think okay maybe we had a meeting since then another committee that hasn't met yet okay Finance right well they yeah they can't happen I mean okay all right 9.1 consent agenda are there any questions on the consent agenda okay can I have a motion to approve the consent agenda please make a motion to prove it oh go go ahead go ahead yep if you want yeah Jared please oh they asked they asked me to sorry I didn't know go ahead I make a motion to approve all items under consent including 9.1 minutes from the Board of Education meeting on November 14 2022 open and closed session and 9.2 to acknowledge the foia request received by the district second this tutorial I miss Swanson hi Mr Cerrone aye Miss simulton aye Mr Gatewood Miss Johnson Mr cloger aye motion passes 7-0 item 10.1 is uh information on financial statements does the board have any questions on what has been provided right and if I could I'll just uh intervene here and say that I know that uh board member Jennifer Johnson has been asking about a variance report so uh this uh to help accommodate this month when I put in the financial statements was our actual financial statement for the FY 22 school year November and I also included the FY 22 or I'm sorry the fy21 financial statement from last year so that way board members can uh can take a look at where we were this time last year just some insights that I said uh for board member Johnson that I would present our Revenue at this time in November last year we were at 44 it recognizing our revenues and this year we're at 46 percent so we're right on target with our revenues and last year our expenditures at this point were 27 of what was budgeted versus this year currently we're at 17 point three percent budgeted and I think a lot of the information that the board members are interested in with the variance reports really is a mixture of what's presented on these Financial reports and then in the next month when we alternate what what is happening on the bills for payment and how do those relate to the financial statements and I think the big the big uh connection piece there is what we're doing with our contracts and vendors that I'll talk about later this evening so if there was any other questions Jennifer yeah I was going to say I know you and I will probably have some other conversations about what you see there but uh it'll it'll just make the board a little bit more informed as well based on our conversations exactly and why if we're spending 10 million dollars more this time this year or this time than we did last year why are we doing that and also to help people understand how um where dollars fall and and in a specific month and a year and why we have to budget the way we do so I appreciate this thank you all right item 10.2 is a continued discussion on vendor and contracts and the work that's been done since our last conversation Dr pesky uh board member Gatewood and I meant to talk about this after our last conversation with the board and he really helped to put it in perspective and so what what we presented for the board we actually separated the two documents out rather than mixing all of the vendors and contracts together we separated out one page that has just the contracts that were in excess of twenty thousand dollars and um what I wanted the board members to realize here when uh board member Gatewood myself spoke is there's definitely an identified process through board policy on what we do with the contracts so anything that's over 25 000 and based on the updated policy now anything over twenty thousand dollars goes through a request for perform a request for proposal process where we request bids to ensure that we're getting the best financial [Music] um uh representation and the best contract for the services or equipment and things that we're looking for and then when a contract ends the district then once again releases a request for proposal and solicits bids and the only exception to that is the technology goods and services but what we make a point of doing as you see with the cyber security contract is why we don't have an official RFP we still require large purchases to go through at least a several vendor review and process to make sure that we're balancing quality cost and with technology compatibility so with that done there's definitely a process for the contracts and we've updated the contract list to show you the names of the contracts the Departments who are overseeing those contracts the start and end dates and the the uh uh amount of of those contracts so with that said what board member Gatewood myself did then is we took the remaining vendors and the vendors what we've listed for you there represents any company that we've paid more than twenty thousand dollars um with and that doesn't necessarily mean we've paid one lump sum of 20 000.
and I have asked for this before and I hope that it was never changed okay um that number 11. remember always that the boards members board members first and greatest concern must be the educational welfare of the students attending the public schools that should be number one not put down at number 11. did you get it Eric yeah but that's not something Wendy did that's coming straight out that's the policy again no we do not we can change it this is the policy Marcia this is the district policy we have to bring it up as an agenda item to change this policy to do that write it down okay you're going to ask it as an agenda item we get to that I can't do that right now but when we get to the agenda item of requesting it I'm more than happy to put the now this is a request [Applause] I I'm I'm just so into this handful to so little about what we do for the children that I don't see anything wrong to putting that up like I said that's not that's it's part of the handbook only as an appendix it's in policy where we need to change it we can do that but we can't do that until January because we don't have well I'm not going to be here when you finish we don't have the 24 hours to be able to post a change to policy right now but we could change it in January and if we change it if we approve the book if we approve the book tomorrow and then we change the policy in January the policy in the book that office has definitely changed to what that is but if you notice that policy came from Asheville just like it is because it's got the copyright symbol so that's not nobody on this board put those in whatever order they are my guess is they included it the last one so that it's what you're what's stuck in your head after you're done reading it that's the reason you're here is to serve the kids like I said that's a an asthma policy that we had just adopted as they gave it to you I I disagree with that okay thank you yes ma'am okay now the next item is the 2023 staff server what a member of the ausc staff survey um foreign action necessary I have to establish a little bit of context you have several different districts there I was able to take advantage of when we have our Pima County Superintendent collaborative meetings and meet uh the next day with uh superintendent from Sunnyside Unified School District superintendent from Unified School District and I was also able to touch base with the Santa Cruz Valley Unified School District superintendent that's real way to go so you have sample surveys there suicide I have provided me the Sunny Side staff Sunnyside parents Sunny Side student survey and I believe the student survey started um grades three student survey I believe these Saudi Festival survey started in second third grade so this is for you to look at and the Rio Rico the Santa Cruz Valley Unified School District survey it's a parent survey has different sections that focus on Leadership School leadership effective teachers and instructions effective organization of time and effective curriculum so very creative Traditions climate and culture family and Community engagement is what the Santa Cruz Valley Unified School District Rio Rico has so that's for you to look at you decide as a board um how you want to move forward three different districts in Pima County in Santa Cruz County and that's for your information to decide how you want to well we'll say in talking about Michelle Taylor about this and about his talking with other superintendents and his mentor in the program um it really doesn't make sense to have the survey designed by somebody who's in the district somebody who's a board or administration because it's having done surveys and having gone through an Ethics panel with it I know how easy it is to design a survey that's slanted so that you can get answers that are leaning towards what you already want and I know um I actually I actually asked for a possibility of a vote to be included in this agenda because I thought you know I liked all all of these surveys and I thought you know if the board decides that one of these tools is the one we want there's no reason to go back and reinvent the wheel if we have a good survey that was used by a different District we could implement it here quicker than creating or having somebody outside the district create one for us I have a view on this this is an administrative tool I think this gentleman right here and the principal should have the final stand what model they want to use honestly I really don't think the Board needs to have input on that if they figure out what works best here and if they want to have someone else put it together for them great and they bring it to us to look at but honestly this is an administrative tool not a board tool so I don't think it needs to be voted on at all I think whatever these gentlemen come up with with working with other districts also it's fine with me because this is more of a tool for them as a staff survey because so I think honestly doesn't matter what we want so ultimately they're going to think is best so you don't think that this surveys are important to us I've never said that at all this is an administrative tool for them to survey the staff and for them to find areas of concerning to be worked on borderly has no say in that because honestly on a survey we can survey him you know but this is an administrative tool for the staff for the administration to look at so obviously I don't change the information yeah and whatever information they Garner from that bring it to us say hey this is all we got this is what we're going to do but further than that I don't think we need us have a say in this the other thing I have with that is looking down the road not thinking anything about this particular Administration but if we get a super a superintendent in at some point who well okay well the survey's mine it's not yours so I'm going to create the survey how I want it and then again we get a survey that was created by one person who has a dog in the fight and could easily create a survey that Slants towards him and if we don't have we wouldn't have any way to correct that how do you think knowledge of the day-to-day operations of the school yeah we're not going we're not going backwards from from when I started to come in right now and speaking to the other superintendents they had a wealth of experience anywhere from nine years to 13 years to the first year and each of them stated the same that there should be no questions in the survey about the governing Court those surveys don't have that yeah it should be solely on on climate School climate survey comparing students staff and and looking at teachers instruction and school leadership that's what they all share with me so in contrast to Eric's opinion I feel like it's important that the board does approve it I feel like this survey actually originated as a border like a lot of things do I believe the board should have input and approve it it should be recommended by the superintendent which is how we do most things new jobs with jobs descriptions you come up with them you write the Java description we approve them this is no different this is something that we have asked for that in all honesty we've had a long history of problems with we requested it I do believe it's important that that pendant you think it's a good survey I agree with that but I do think it's our responsibility yeah I think that's actually yeah I would agree with that yeah so if you were to come to us with I mean if you picked out your favorite of these surveys came to us and asked us to approve it we could if a superintendent came like in the case I was talking about where they created one that was obviously Santa at the new board would vote not to approve that tool um so it's very subjective it's subjective we have no metric to evaluate that to be subjective okay I'm just saying so someone doesn't agree with it and it's a subjective review oh I don't like this you need to go back and changes so then basically we're saying this is what we want you to do but this is more of what this gentleman wants to see from the staff in his survey so that's why I think ultimately let him make a decision I have no problem with the board viewing looking at it but it almost feels like we're in a micromanage him on how he wants to do this staff survey so I don't know if he has a superintendent that we don't believe has the confidence of his staff and he slams a survey so that's not measured and we want that is not a board tool though a staff survey is for the administration that's my opinion I love you you know that I know that and I'm not trying to dismiss here I'm just saying um maybe we as award want to know how the staff feels about the super hit and the principle right and that's fine yeah and once he gets his evaluation back he can let us know not saying that but overall I don't want to micromanage the administration stereo on my way I can't hear both of you talking against each other at the same time you're right in the class well to me as far as your comment about it being the administrative tool and that's not having let's say Dr saltero created a new position on campus we came here and presented it to us do we not have the right to change that position we would yeah I made my piece with this I stated what I said I'm not going to change my mind I'm not expecting it so I'm asking that's it I'm asking you because the questions are going to lead us down on me sir I'll go ahead I'm sorry Rodney go ahead what would we have the right to change that job description if you came with me if he created a new job under the purview of the board we can make a recommendation to yes as for something that's a staff survey which they're going to work with I think they need to have the freedom to decide which one they want to use and not the board saying oh we want you to use this one I don't think that's right because he needs to be able to make the decisions he thinks right now some people can what if this to death or what if we're going to superintendent this what if we get this then we deal with it let the man do his job that's my opinion let him make the decision so far I think he's doing a good job personally that's my opinion and I think we should let him have that leeway to say how am I going to use this information that he researched for us and to pick which parts to use or which one holy to use I think that should be his decision not ours well like really if he had come with just one survey that we would I would be comfortable doing a vote on do we accept that survey yes so since there's there's more than one I think you're right that it comes down to the superintendent's recommendation but I do think the board should have a vote on whether or not that tool is useful for it and we can disagree all night let's do it okay okay is there any more discussion on the staff survey yeah I have I have I have input and I I have this this originated with the request that I made two years ago and we're now finally hopefully getting close to having a real useful tool it is going to produce information that's useful to the board and that the board potentially mixed decisions using it's also useful as superintendent and the decisions so I do think we should have a say um and that we should approve it but also there are certain features of it that I have expressed before but are extremely important and that is it needs to be anonymous it needs to be online it needs to be um all the employees not just a certain segment of employees but the entire staff um what else so I would add to that like so and so just to speak specifically to some of these um surveys that we were provided they are heads and tails better than anything we've seen before I was super happy I I was a little nervous when I saw a climate survey because I've been asking for a staff satisfaction survey but there's actually plenty of information in there on stuff satisfaction and it even you know it's augmented by the more climate related questions um I particularly like The Sunny Side surveys I thought they were nicely put together and in some ways they relate to each other um and what else I have to say about that oh so the only thing about these the if I if I look at the Sunny Side surveys but but it applies to all of them is that our school is different our district is different in a couple it is because it's so small so it's super important to protect the anonymity of the participants and that's easy to um it's easy to write a survey that doesn't do that unless you're really intentional about protecting um our district is different in that the district office and the superintendent our schools are I should say our high school and our elementary school are different in that because these are School surveys um these surveys don't address address um district office or District superint or the superintendent because they are created for individual schools our school is different because we have district office on staff we have a superintendent who engages with the students in the families on a regular basis that's not all districts particularly big districts don't don't have that so I think it would be important to modify like if we were to use the Sunny Side survey it would be important to modify to include questions that address the superintendent like there's a whole page of questions about the principle in The Sunny Side and there's nothing about the superintendent I would suggest there be a page for the superintendent as well um there's a there are questions about office the office staff we have two offices so I think it would be important to differentiate because we have two offices and they do different things um and yeah so so I think with a few modifications some of these are great that's my input is there anything further on me okay then next item is a report demonstration discussion for dogs Mr President the superintendent assistance Miss Angelina would like to offer training dates and times either individually or with the entire board Angelina everybody knows who I am going on so as we as soon as we we approve board jobs which I've been waiting for years that so I'm so excited and this is really awesome so I I appreciate the board you've grabbing this for me because it it ends up being my thing though that I could be the sports secretary as long as I use this well um for the Public's for the Public's use does anybody have it on I'm sorry okay so for the puzzles use um you want me to turn on Angelina are you logged in I am that's because you can see it okay it's an Administration but it says access public it should say private right I'll show you this right right now hold on oh yeah so the the link under here right here um takes you to the the private the public page so the public when they click on this week's which is what I've been following this is what they'll see on on our link to our page foreign [Music] on the home page and the person can pick between um what meeting they they want to travel to the good thing about about the next session The View agenda it should it should have the the screenshot for the the YouTube um why that one didn't have it um I'll go back and check that for the regular session meeting but there should be another little link on that agenda item that will go to this meeting and they can buy students straight from products it'll lead to whatever link I put in there and then they can pull up the agenda and the YouTube windows so that's always always good for you now with with certain items because they're public when I log into my account right now okay am I blocking YouTube if I move back here I didn't I can choose whether this individual I put his application under administrative content so I can change that and move it to the public but the administrative content is only the administration can see that in our so when you're logged in as you and your login you can see that information but if somebody else was working off of the public site they can't see that they can't see that um sorry sorry this is even yes so if I go into that same agenda item that I was just in now I'm in the public View and that application is not viewable because it I don't have it in a public view the same agenda item when you go down to the inflation stipend the PowerPoint that that Laura gave me I put it in the public so now as public view because I'm not signed in as me I'm designing this Joe Schmo I can open that and that will download down here and anybody looking at home going through the agenda at home they can pull up this PowerPoint if they have going on there um on their phone on their um on their laptop wherever they are they can pull up this PowerPoint as long as I have it so the same thing with the budget I have each version of the budget in here is like a PowerPoint and I can switch if I log in I can change where that goes now that I'm logged in it's me I have access to that application and you should have access to the application um and then this one that we obviously this one didn't we didn't talk about but on the regular session um there's access to that application I'm sorry if I'm moving too fast I'm moving to South Amino and I'll I'll hold down you can go faster if you want so this person's application who We're not gonna say out loud that that person's application is there and as a board member or an administrator I can click on um on that application but the public doesn't have access to that and if I wanted to switch it like we had an application last meeting that was in the public that I had accidentally put in the public and it wasn't supposed to it's as easy as including from one to the other or back back again and as long as I save it then it goes back to where it needs to be so it's it's very easy um and and it's really great um we um if we wanted to add it's just I can add it and then add it to uh another I the other meeting so I come through and and do the study session meeting and then just duplicate all the items and go straight to the regular session meeting with all the attachments and my time is cutting yeah at least so um this is going to be really good for us uh for me moving forward um we can choose how the only bad thing about War Dogs which I thought was going to be going to be um I thought I would be able to go through and do the minutes but that's the the bigger bigger versions of bigger schools get that adds like thousands of dollars to the end of it so I can tax you on agendas and and items we still are gonna have to print the agendas because there's no way to to write on here there's no way to Mark items there's no way to take role um so you guys are still going to get probably paper agendas just to take notes into write things on but this is really great like the financial report that that we do with the cash balance um that's all uploaded in here um if we get I'll still have to do the posting outside because if the internet goes down then there has to be some kind of paper something to to do um but I can make changes with my phone I can look up agenda items for my phone um I've already had you know conversations with certain board members that they're like oh this is this and I'm like okay I'll just take care of it and I go on my phone and I I I totally change it right now um I have I have certain things that that every um obviously the the Raider is there um our website our address different board members that can I can change I mean come on here um different responsibilities we were Dr soltero and I were talking about this before um if uh fast forward next year and we're doing um we're doing uh his evaluation I can um I can move some members down to have certain access so we have an evaluation and if we make note on it then just the board and one person can can decide where that goes and can add people and change people out and hit them back I can give people different access which is not working right now um and then save it all and have different um as you can see uh different people have you can change passwords so we can change how the agenda is modeled when I work through my training with um uh with the person from fortox uh I sent him our agenda items ahead of time and we worked through seeing what best works best for for each um each item that we've done in the past and and what items we might do in the future um actions differ from the discussion for information um different agenda items are are classified as different but right now all of our classified administrative I can enable or disable that depending on what we're talking about we're not talking about um how we print what the workflow is right now um the administration can go in and as I'm doing the agenda they can see how it works out and how it turns out even before the the actual meeting is made active um I can we can eventually turn that off allow executive leaders to view drafted in items yes yes this is mainly for bigger boards where you know they have two three four different schools and different you know administrators not just the two and the five that we have so this just really doesn't make sense so I put everybody in the same kind of classification okay but this can change back and forth depending on the sensitivity of whatever it is that we're talking about um just for um and everybody does this uh just looking to see there's one person that that publishes I put George here just because it's Eric's taught us anything it's it's it with the you know on top of the costume of that we were lost with administrators we didn't have passwords we didn't have slogan information was only up to one person so um it I if George needs to come in and do anything for for anything um I'm not here you know whatever the case may be then he can rearrange whatever and give somebody else access to however it can um he he's gonna take a a short training and it's real simple to figure out Venus had said that she's not a very techy person but she started bruising through the first or second day so it's um once you get used to the the you know how it looks you will hopefully forget about four books the second meeting and it'll be the greatest thing since sliced bread um I'm hoping I'm hoping we're not going back to board books because I would um but everything everything is listed in here and different intervals different um we can always change the way things are the way things are shown um I think there was a something the other day that said it said information instead of action so I just came in and changed the information instead of action so if I say that changes what it says here and what it says on the agenda going forward anything can be changed it's push him a button and any kind of training that you guys want to do if you want to do um if you want to do individual training if you want to do a group training environment if you want to do have wardrobs come in and actually train it's it's um we can go through real real easy real simple but like at the last meeting when we had um and I've been slowly adding our past meeting agendas so they have access and one of the great things about about war dogs even if I'm only on the public site I can log out um and enter the public site I can say hopefully I haven't tried to stay oh it worked okay so it as long as it uploads the PDF of the agenda or a past agenda that it doesn't so anything before November or October is going back all the way through August and it's giving me three every item that said extra pain so um you know your uncle father sister's neighbor can can look on here and they can say what was when was the last time we um we approved extra pay when was the last time that we hired a um it's not going to be here yeah his name so so all the times that we've hired for professionals this one that we're gonna do Amber in November um Melissa um Amber was a uh for summer school then um this is the December one November so I've only gone all the way to August I'm slowly uploading more so this is only to August so it'll find all the words Fair professional and every agenda item that I upload it'll show what it is and what um the the outcome was or what the vote was as soon as I I start uploading minutes I can start uploading minutes to that specific again item oh I can't believe I close this yeah or you can ask when you do your search because I have a lot of experience you can say I only want it with attachments okay so you can do a lot of filtering but in for Years it'll be there and you can just do a search like she is so um 301 plan and pull other schools so we're still shooting for January correct [Music] history I know you're loading them you're processing and loading the agenda histories um eventually all the agenda histories that were on the website that were removed will be in here into Fort Knox okay and minutes yes yeah but you really need to draw a line right but we didn't even start doing that until pretty recently right unfortunately so um it's and and one of the things that I I have when I started in 2006 I have agenda items fact that far so this is April 8 2006.
it could be we've paid five times throughout the year you know four thousand dollars a time and now that we've reached that twenty thousand dollar Mark what we hear the board asking for is putting a putting a process like we do with contracts on the expenditures that could cumulatively total twenty thousand dollars or more so the finance department the business office is monitoring um our vendors and vendors where we are reaching that twenty thousand dollar limit We'll be asking ourselves wait what kind of purchasing are we doing through these vendors can we leverage uh kind of a efficiency of scale or the volume of our purchasing to get better purchase prices or another question is should we enter into a contractual arrangement to get these goods or services and and actually go through an RFP process or um the third one is just consider consolidating our power to make sure that we're and perhaps even limiting the vendors that we're going with if there is a difference in the cost between the vendors so we've presented that for the board tonight I think it's a very interesting way to take a look at some of the purchasing in addition to our bills of payment our financial reports I think this adds another element of uh discretion that the board can look at to help make financial decisions as we move forward so with that I present to you our two artifacts and open up for any questions or comments that the board might have about vendors or contracts just some my one questions on page three I look at Amazon at 304.
from so I I have because I've been here that long I have access to the students huh is that an import ant no it's going to take it's why I've only got into August because it has to be PDF and then I have to take the signatures out because a lot of our our um our things have signatures are and the boardwalks person was like we don't want signatures published on you know online so I've been told but surely going back through our our Public Notices taking the signatures out making it a PDF and then uploading it into its own meeting it takes a little while um um and and so that I I do three every couple of days and but I've only gotten to you know August so I will have to I'm not actually gonna go all the way back to 2007 but um because that would just be a job within itself but I am trying to go back at least a year so we'll have something online if if anybody wants to go back prior to a year maybe we can have something on the website that says you know contact the district office because this is all on this is all on our remote desktop all the way back to 2005 and six when I started um and letters written I I think everything so to the point where I I swear to God I'm not OBD but um letters that we sent out so far you know uh weekly board letters that we sent out for so this is January uh 26 2007.
are you on the contracts I'm looking at the vendor contracts 20 000. and it just says amazon.com 304 931 supplies yeah and that's where we can take a look at that um at those amounts what are we buying from Amazon is it office chairs is it pencils is it paper is it you know some of these have large uh you know uh they've got a variety of things we do have uh we do have a agreement with Amazon a purchasing agreement educational purchasing agreement to get um reduced prices so that's something we can maintain and take a look at is now dig a Little Deeper what what are we buying through Amazon right but so so forgive me and you say that but then I look at the bills for payment and I see different prices per month for paper and and it's all Amazon but this month they charge this and the next month they charge this and sometimes we bought this much and sometimes we bought that much do you know what I mean like I that's what I thought the same thing Ally all right yeah and when we talked about that last month that's one thing we'll specifically be taking a look at is who through Amazon are they getting their paper from and are we paying that 36 to 41 dollars per case of paper or are they paying 47 for a case of paper as long as they're as long as they're within that window of spending you know 36 and 41 dollars per case um I liken it to my kids who get a hold of my credit card because they need it for something and they go to the mall and instead of spending the fifty dollars they spend 300 right like it's easy to spend other people's money you know what I mean so like when I look at this like cringe I just I and there are we are for the most part I think that when teachers buy supplies for their classroom they're very cost effective like they look for the sales and they look for the and I don't know that we do that on a big scale I think we just we need paper and we just order it and whatever we order it we order it do you know what I mean like I think there's there's some small tweaks that we could make in a big system that would make a big difference yeah and I think this gives us a granularity to take a look at what some of those purchases are and uh and what we we should be monitoring so we'll uh we'll break we'll be breaking that down further and are the teachers or Department chairs or whoever's responsible for procuring this stuff are they do they have a budget to work with them like are they assessing from their Educators yeah I'm glad you brought that up glad you brought that up Jennifer that's where I talk about we've identified a budget manager process and now we're implementing that budget manager process as we do our budgeting they're not spending money on things that they didn't plan for when we set up their budgets it's for the supplies the materials the contracts it's things that are identified that they need to be purchasing um to the point that the board's asking are we getting the best deal on the identified budgeted items that we're purchasing we're not um for instance a building might have a paper budget or a supply budget for paper for three thousand dollars but they buy eight times a year that's because they're Limited in the amount of sport storage space they have for the the paper so they only buy like five boxes of paper at a time so they've got it budgeted um and uh the big thing that we're going to look out for is can we get a better deal on paper by ordering more or are they getting are they getting a guaranteed price doesn't matter if they buy a thousand boxes or eight boxes they're paying 36 bucks a box continue on one thing and this is very specific but you can't not use specifically Dr pepsky but no one can tell me in a district this size with the amount of land and buildings we have that we don't have enough room to store paper so we should be buying it in bulk and and from what I understood as I heard that it's just that nobody wanted to have to manage that process so I just want to make sure we're digging into why because I definitely think that people are making good decisions but I think we could be making better decisions and forecasting and understanding what we need and then working within that all right item 10.3 is an intergovernmental agreement update on the high school student resource officers uh Dr Kincaid um we are bringing an updated IGA with availability of Oswego tonight um this is an extension of what we approved earlier in the year there is no substantial change to language but what you'll see is some changes to exhibit a specifically the addition of Section 3 and section four section three is about body Morton cameras and section four is access to live streaming security uh video the draft IGA has been reviewed by whitlaw OPD in the village of oswego's the body worn camera was passed into legislation in February 2021 it is part of 50 ilcs 706 which is the law enforcement officer worn body camera act it does not become student record when activated unless requested and received by the school district um what we're going to do is go tonight for just information action right when we return from break uh Aurora Police Department is already live with body worn cameras tentatively OPD is going live on December 12th but that is still currently in the works it must be completed by 2025 but both of those police departments to are understanding are going earlier in the process the second part so section four the access to live streaming that would be one station it would be secured within OPD they would be providing the hardware we in essence would be providing secure software it would be controlled the access and information is part of the IGA hence why we want to update the IGA and it would allow very select members of OPD access to our cameras in an emergency situation only it would be behind locked doors and would not be open to all members of OPD so we are bringing these two updates which has been a collaboration between our district and OPD and then once we work through and finalize these changes to the IGA with the village of Oswego we will be moving to our other four municipalities with Aurora Police Department Plainfield Police Department Montgomery and Kendall County to do similar updates to their igas can I ask a quick question I know I know this wasn't a change but I'm curious how much um do we know how much um sros are paid comparatively in say Yorkville West Aurora Indian Prairie Valley View Plainfield like districts that are near us do we know yep so we looked into the similar igas which in the their Board of Education board docs all of the igas including our own the pricing of the sros is tied to the essentially the Union contract sure of that Village so even you mentioned like Indian Prairie they have two separate igas one with Naperville and one with Aurora so it's not driven by the school district the cost of the sros I'm aware it's driven yep by the do we have the do we know though I we did not we can um reach out to the corresponding police departments yeah I would like to know I would like to know what we're paying compared to the others and my other is is Plainfield still offering a part-time SRO for free to Murphy is that still happening yes so we received the services of the SRO at Murphy once a week on Fridays and the officer comes and works with our students with our staff so yes typically it's here all day once a week on Fridays still still waiting for the media to cover that one but yeah that it's like I said stuff you don't read that's interesting still hasn't made the Press thank you is there current policy in place um that states when video is included in a student record so there is um there's different um specifically it's most tied to if the video is utilized to issue student discipline um so video can be potentially available but not considered part of the student record unless it was specifically used to issue student discipline okay so I guess my question I'm just trying to figure out do we need to update policy around this this new camera feed and are there additional implications because it because the camera feed is coming from an SRO um I don't know the answer but I'm just speaking out loud what I'm thinking and so I know we need some type of policy or an update to that current policy or maybe it does include this but I just I don't know how I feel about it coming from the SRO and if that matters but I just wanted to say it out loud yeah Eugene this is Maureen um I believe your current policy on Student Records covers it and and Heather accurately stated that essentially typically any of your surveillance camera video is is surveillance for safety purposes for law enforcement purposes it is not considered a student record unless and and Heather mentioned the main uh situation under which it is both understate and federal law there's also some others when it may be and here in that uh number one in section three on page 10 uh the last sentence that was added says any such film or video which would come from the police officer will not become an educational record if not requested and received by the school district because until the school district receives it it's not your record so only after you have it would you even consider whether or not it's an educational record of a specific student and again at that point your policy kicks in got it okay it makes sense all right action item 11.1 approval bills for payment can I have a motion please I make them I make a motion to authorize the payment of bills in the amount of 2 million three hundred sixty thousand one hundred four dollars and nine cents presented second whoa it's all you Mr Cerrone yes Mr Gatewood hi Miss Johnson Mr Plover aye Miss Swanson aye Ms Doyle hi Miss Hamilton aye motion passes 7-0 action item 11.2 approval of cyber security contract with dark Trace um you know I I have uh yeah just a couple more questions yeah I've got uh Brent kyger and Kevin McDonald here I know that there were some questions about this uh so we included a memo with the board I uh board agenda item and we would be more happy to take some questions yeah and I'm sorry I uh maybe should have included this question um I saw that there was uh you know one of the things that you discussed was that it was going to be a a three-year period and then you'd uh reassess um your needs so when I looked at the two different contracts I was um I saw one was two years and one was three years so how does technically uh contract for car tracers okay and the Ford is the services that they would provide intervention if you will okay and so our plan was to understand the capabilities not only of the software Hardware solution Based Services said the software provided depending on Staffing of our comfortable level or our comfort level with the software that's why some of that was considered applicable means um I have one more question if that's I'm sorry Dominic I'll let you finish no I I I lost my train of thought I had another question yeah go ahead go ahead Eugene yep my question is really I guess it will be I don't know if I wanted directed to Dr sparlet or Dr petsky but well I guess I can direct it so is there another option let's say is this the best option is there a another plan B I'm just thinking about total budget we got 514 000 is there a another way that we can uh perhaps do the same thing because I'm not questioning whether or not we need it I'm just trying to figure out how to prioritize it for today um you know if you know I've I've dealt with in my previous role as a chief technology officer um this is a it's it's a fast evolving area and one that one that we have not had the financial resources to adequately address um and so even when I first got here this was one of the first things that was brought to my attention about the need for um you know the need for uh some uh steps and processes and to get a hold of potential cyber security threats so in terms of is there a is is it a priority absolutely is there something we can do for less money um the other solutions that we've looked at in my experience the other solutions that I've dealt with are all between 200 to 220 000 So based on the a little bit more comprehensive nature of this having that uh the automation uh having the AI aspect to look at our traffic and then to also have the human component to help us with the mediation is is key and the other place where this became a priority for me or where I knew that this was something we should be doing is the cost of cyber security liability insurance is skyrocketing because the number of attacks and potential of breaches is much larger than they used to be and it's it's a matter of the the inconvenience how our tolerance for the risk I know we've got our insurance company we've got all of our other districts telling us that this is something they're investing time energy and effort into and if we if we don't do this it puts us kind of behind the behind the curve in terms of what our neighbor districts have in place and are doing all right so let me follow up to that which neighbor District or which district in general did we look at talk to collaborate with with this or did we just listen to the salesman I mean did you actually go out and talk to another school district who has this product and who is using it and Julie attack the first week it was implemented so we did talk to the neighboring districts uh that had the dark Trace product so only Juliet yeah Julia was the one the nearest reference for the dark Teresa component the the issue with the issue is we're it's kind of a good place to be I I think that they vetted the solutions pretty well it's I know in other districts that I've worked in we kind of lock ourselves into another solution and to migrate from where we were to what we want is is difficult to do so there's some districts that I'm sure would like to have this but they're they've already implemented another cyber security solution whether that be a professional Service Company or another um another software solution it's hard to migrate from one to the other and this one I feel gives us the best of both worlds it gives us the hardware it gives us the Automation in getting to know a large amount of traffic and data but then also it that one extra piece with Fortis gives us that that human component too to help make sense of the traffic that it's seeing um yeah I remember I if I recall there were a couple dates on those uh the bids were through 12 8 and 12 12 or something like that um so If This Were to be delayed what what risk are we at for pricing we have no indicators that the pricing would substantially increase uh If This Were to be delayed our risk honestly is more than likely just an attack on the district the sooner we get the product in place the sooner we're protected and then Dr petsky made a comment earlier that helped me but I kind of wanted a little more elaboration on that is um he said some districts would like to go to this but they already have something in place and so going to this I don't know if that makes it right but who's gonna I'd like to go to that but I just I don't well no I'm I'm asking um so basically you're saying that would be a an older solution might have been 200 to 220 000 a year um this is a Next Generation solution would be about 250 000 a year correct all right is this so are we not doing that 200 000 a year um solution I mean is that we are we that far behind we guess it's kind of my friends in place it's like a five-step there's like a five-step component process that they presented last time and we're doing we're doing two of those steps um but we we really need this to implement the last three steps um for cyber security to make sure that we have the the levels of protection from the multiple types of threats that could attack could could impact the district so when I when I asked the question you know are we going to be above are we going to be is this beyond my concern was that we were going to be overspending um the 200 plus the 250.
that I have saved that with the attachments so it if anybody wanted to say you know see the board agenda for that we have them in the auditorium we're not allowed to destroy them and I have all the electronic copies from as far back as 2006. so on in case everyone's not aware tomorrow the board is going to have to have an opportunity to vote on any of these things that we want to vote so um I asked for this because I thought it was important that the board has input on on this with the idea that we would have a chance to look at our agendas look at our agenda format look at our procedures and with also the idea that board docs actually the way it's been implemented which is how how we were using the paper essentially it's been put directly in there's a lot of functionality as you can see from what Angelina is saying and board docs that obviously was not available to us in paper so this is our opportunity to look look at how this is implemented and make changes if we wish um as far as the agenda histories go we just recently started posting the agendas to our website I want to say it was maybe two years ago so it I think it would be important to have all of those ones that we had previously posted to the website back up there um we have they're going to be on PDF they're not going to have the same type of functionality necessary that's not just as long as as the board and the community still has access to them because they were there and now they're not which is fine I understand because you have you're processing them but they should be there again so yeah and it's not it's it's maybe two years at the most and the reason why that's so important so when they were removed from the website I actually needed them I used them often to look back on what we did previously so like when we um we're looking at 301 plans the other day I was like gosh I can't remember exactly what we did for 301 last year um so I have all those paper files but I don't know even necessarily what month it happened in so by publishing the agendas we can search for those things and I could look at what our 301 agreements or plans were for the last three years just by searching it so I think it's important that we keep that functionality and they have been up there for two years anyway so maybe it's a matter of just posting the PDFs again um the other thing we can I can do these is um if you um if you click on the meeting and the meeting comes up you can view the agenda but you can also Implement that video so this is August 2002.
Yeah well yeah I thought that we were yeah kind of doing something yeah the 200 plus 250. so we were already doing that and then we're adding another 250 000 a year so does that make sense so that was my concern was that we were going um too high um in the capabilities I mean we might have been able to do a little bit less but if we're going to do it last for 200 or do a better for 250 then yeah and I I don't think it's fair to say it's not that we're spending 200 here and then 250 here it's it's kind of no I'm saying that we're not doing the the kind of the older technology oh right right we are not so it's so it's not 450. right right right do you see what I'm saying say that again Eugene we're not already we're not already spending a two uh 200 000 on something and so we're not adding the like 450 on to something that already exists it's 200 000.
so I'll go straight to that video for that study session um and then you can go back and this is the now basically all I'm doing is getting the taking the the posting out taking the the um a signature and it's just the agenda so it's it's not going to give you the item the attachments it's not going to give you anything like that unless I create an item and add all of the agenda items to that and that's that's going to take me forever that's a full-time job no I'm suggesting that it'd just be um added in the same form that it was in minus minus just so it can be used yeah and that's that's basically that's what that's what I'm going through and it's just business so it's the same thing that was on the notice on the website it's just minus specific and I'm just it's just slow going because you do have to add the video you do have to there was something wrong with that video um but all of that is available too and we can search through all of that and then as you log in or has anybody else logs in as a board member you have access to those um you have access to those attachments that the public doesn't have access to this obviously the camera can't see but like this you have access to this attachment where the public access doesn't have access to that pattern um this one um when we did the uh the weight increase I didn't put it in there I didn't put the um I didn't put the employees in there um I probably should have just four Awards uh benefit under the administrative content okay so this is going to be really great I'm not going to have to do those um anymore oh I did so then I added an account I can't see what I'm doing but I did add this to so and it's only available under the infant it this is the only thing that that the PowerPoint is the only thing the Public's going to see hopefully I'm up there we go it's in blue it's in blue but the screen shows that it's white I have no idea why um and basically um we've already ordered uh laptops like uh or but if you wanted to use your own laptop if you wanted to use all it takes is internet access so I can close down from the desktop and then log into thank you oh I just saw that you just saw that [Music] musical I think yeah I gave you like a random news says yeah oh yeah yeah so it's gonna be a really good um like we said anywhere I can log into to mine so if the if it does say the remote or um I lose my laptop I lose whatever I can log in from from anywhere and I now I'm now logged into my so there's no I left the blog at home I don't have you know this or that or whatever um and then if I update something to the the meeting of the agenda it's immediate there's no emailing you different access to different items um 24 hours before another good thing about this too is um I can choose when the meeting actually goes live to be published so I can say the day before the meeting I can it and it makes itself live so the draft agenda if I make the draft agenda if there's not going to be any in here right now I wonder if the let me say this like it did so uh this is my draft agenda I'm still working on it only the board and I can see or the administration and I can see it's not public so if you go to the active sites that meeting is not listed underneath there so I can say under the Govern board I can say make active three days before the initial meeting I can say 48 Hours like say a week before the actual meeting which I'm not gonna have it ready before but and then it'll automatically move it from the draft agenda active by itself I don't have to click anything do anything I can make it I can choose when it it happens but there is a I can click and make active and it'll disappear and then it'll be available to the public which is blank it's not anything and I can delete that it's not this video I promise because this meeting won't have so it's I I can I can take this say make it active the day before or three days before on the Friday whatever you get you guys you know four books and then it makes itself active on its own I've seen the thing I have to upload there's something I have to change I can purposely make it active myself or I can wait and say 48 hours and it makes now I according to statutes I still have to do the posting outside um which is going to be uh I still have which is the only bad thing about this is that when you put the agenda to pull out it only prints certain ways it puts the simple agenda which it has just the agenda item on it or I can say the detailed agenda and then every single little thing it ends up being 12 or 13 pages long because it has every vote every attachment every every Everything attached to it and we don't need all of that but we need more than the simple agenda so um for the past couple meetings I've just been copying and pasting and making it into a Word document that I have that I keep that for printing off that opportunities because it doesn't print the way that we need to agenda item to be printed the way Ben wants to queue with the agenda item and then on the simple explanation underneath it um requested that prints it does everything or nothing and there's no in between so I'm I'm still gonna have to go in cut and paste into a Word document which is what I've been doing um and that's what you guys get um on paper and I just kind of paste into a Word document and this is what you guys get or have been getting because that's the only two bad things about about Fort Knox is that you can't actually write on it and the agenda items don't print the way I want to so it it's no big deal it's cutting face it's very small um in comparison to um all of the other wonderful things that and then I can print um each agenda item which that's what you get in your book is the agenda item that I'm working for each gender item and I can add the video which I should have added the video earlier um and set the vendor ID so then when that person ends it has a direct link to what we're live streaming now so I should have done that but I I will make sure that that gets done for tomorrow's week I'm good so um for tomorrow like I said uh we have a discussion and possible vote on input on on this and on meeting procedure um I I have some odds and ends and some more significant things that I wrote that I'm that I'll share with everyone um but not not now I'll give this to you to look at and we can talk about it tomorrow um but I just want to say that I am probably as excited as Angelina about this because I've been pushing for it for a long time um and I don't get a chance to really use it but um I'm super glad it's happening it's gonna make things so much more efficient make Angelina's job a lot a lot easier well maybe not easier but more efficient certainly um so so yeah any videos okay we are at the point where are there any board members who would like to um propose an agenda item for future meetings yes ma'am I want to have uh the board policy BCAA changed from number 11.
got it got it got it so so the only reason that we're that it would be ahead is because we waited yeah we'll we'll get a better technological resolution one that's a little bit more evolved and advanced because we're behind we're behind yeah we have not had the financial resources this is our budget and now we do um and uh and we've we've allocated those funds and the these uh Kevin and Brent looked at different solutions and I'm confident with what they found as well that was my next question so it is already built into the projected budget yeah yes right that I got okay is that it so can I have a motion please I make a motion to approve the cyber security contract with dark Trace pending final attorney review second this tutorial no Miss Swanson no Mr siron yes Miss simultane yes Mr Gatewood Mr Gatewood Eugene all right um yeah Miss Johnson no Mr pluger no emotion fails for two four three four three no wait who didn't was it Lori did I get Lori yeah four three no I wouldn't know okay all right action item 11.3 approval of cyber security contract with Fortis can I have a motion please can I make a motion oh wait we've got more some more discussion so given that yeah this one's pretty much irrelevant yeah so what is the takeaway the takeaway here is if we were to pass the second it would be worse what is the takeaway no from cyber security what is our plan what direction would the board have for Kevin and Brent moving forward knowing that we have uh we have a lot we have a large cyber security footprint risk um so what what would you like us to do go back and talk to other companies see about getting the price lowered see about getting I'd say more comprehensive coverage but the fact of the matter is that was the most comprehensive coverage right there um I can I can offer mine I'm sorry I can't see because I'm about to talk because I'm on the phone but um I'm gonna look for a product that has um a better overall success rate and also uh better pricing better what is a higher quality product with a different price tag okay now based upon what you all know so far what you know can you accomplish that so so then what do we do if those two things can't be accomplished because we're just leaving ourselves open then you find somebody who can [Music] you want to elaborate on that one I'm happy to do that in a further discussion otherwise but I mean it's it's a little bit more um involved and I think we want to put you during action items okay all right so then do we need to go through this vote on 11.3 you could postpone it indefinitely and then and then it just dies um and or and or vote on it but yeah as someone said obviously the vote should be no so I would recommend vote on tabling it indefinitely okay I make a motion oh can I have a motion to um postpone 11.3 approval of cyber security contracts with Fortis in postpone it indefinitely I make a motion to postpone item 11.3 approval of cyber Security Contracts at Fortis until further discussion second Miss Hamilton no Miss Swanson all right Mr Gatewood Miss Doyle add motion to table I Miss Johnson Mr Cerrone aye Mr ploger no so motion passes five two okay action item 11.4 approval of property tax appeal intervention can I have a motion please I just want one we just took out the legal firm that is the only change to this uh we also changed my title to the superintendent or designee so it's uh Dr sparlin superintendent and the attorney is just a general attorney perfect thank you I make a motion to approve the resolution for the property tax appeal intervention as presented second Mr cloaker aye Ms Johnson aye Mr Cerrone aye Mr Gatewood Miss Swanson Ms Doyle hi Miss simultan I motion passes 7-0 action item 11.5 adoption of 2022 tax levy can have a motion please I make a motion to approve the 2022 tax levy as presented um real quick before we vote so Dr sparlin do you have some general specifics on what we'll have to do or won't be able to do if we not pass this Levy um yeah I yes I do yes I do um I appreciate you asking the question Jared um really if you think about it not not uh passing the webv would really virtually wipe out a lot of the work we've done over the last six years in regards to getting our school district on a better Financial footing every as we as we talked about earlier this evening uh you know some years ago there was a decision not too Levy for a few years we heard this evening what the impact of that was and um and we we also I think we also already answered this question a little bit through some of that conversation earlier um there's a there's a lot of there's a lot of reasons uh you know why we need to Levy you know and I think it all really I think they all really uh kind of circle around the reason why we need a fund balance and why we need to grow that fund balance one so we kind of already mentioned that a few minutes ago but um you know our current fund balance doesn't allow us to make payroll uh during this during during the school year so we have to the result is our us half new issue tax anticipation warrants or taws and what we're doing there is essentially borrowing money and paying hundreds of thousands of dollars a year to borrow money to make payroll and over the course of many years that that equates to equates to millions of dollars so you know that's been a pact practice in 308 for uh many years and it's a practice that needs to stop and it can stop if we grow our fund balance to the appropriate level um uh we talked about ebf you had mentioned that earlier if ebf isn't funded at the minimal levels or let's say it's probated or not funded in the in the future it's very important to have a fund balance so that we can draw down from that fund balance and and instead of making Cuts because we've already gone through the cut process for a number of years and we know what we went through and what we did and we we should use this phrase there's no more meat on the bone we've really cut down as far as we can uh anything else really truly affects kids and um I think the third issue I think the third item would be um we also every five years or so in our district we issued that service extension bonds and uh to pay for our much needed capital projects and uh that's a this is a practice in our school district that really needs to stop it's been something we've done for many many years um and to to be able to get to that point again we need to build a fund Mount you can't do both at the same time though so right now we've issued The Debt Service extension bonds that we have monies to pay for over the next few years and while we do that we need to build the fund balance up so when we're when the when these monies when these monies that we have from the dsub are done we don't have to do it again for another five years because we'll have the fund balance and we'll be able to allocate the Monies to our capital projects that we need to to do it operationally and in Dr pesky's five-year projections we have started allocating the monies towards it as we start to build the fund balance but we can only do that because we've already sold at that service extension bonds I don't I think I I was probably a whole lot more of an answer to the question you just asked but those are three things that come to mind right off the bat when it comes to not letting or webbing thank you and if I could clarify just one point there uh your question what if we don't Levy I think there's a little confusion there if we don't Levy if if this doesn't pass tonight I can't file it with County clerks to give us the authority to collect taxes from the community I think the question is the question you're really asking me is yeah sir what is the amount we should leverage right right we don't Levy that's a problem right yeah right right right right right I mean listen at the end of the day I'm I'm never going to vote to increase taxes and I was part of that 2013-2014 2015 that said they wouldn't and I I realized all of the conversations that are going on here but when you say you leave money on the table I see I can't text people out of their homes so it's a difference of opinion it's to be sure I don't want to tax them I don't want to tax them either I don't want to argue about it I don't want to argue I want to know what the cuts are though I'm going to stand up for people who I am also standing up for people I want to know what the cuts are then I mean did you ask Dr sparlin for a list of cuts I did not well because that okay so what have we learned then I'm not arguing with you I'm asking what we learned because like you didn't have to sit up there underneath bright lights and cut meat down to the bone I did okay from that and so that's why that's why I'm frustrated and that's why I get upset about this because it's not just nobody woke up today and said oh let's let's let's do this nobody did that okay so so like so like what what are we cutting then tell me I don't have that conversation of course not we'll leave somebody else well it's not that I'm going to leave it to somebody else last thing you could do before we cut we could create preventative maintenance right that would save hundreds of thousand dollars these sub buns for the chillers and the heaters we could expand the erlin screenings and cut down on some of the the IEP needs that we have we could turn off the lights for God's sakes we could turn off the lights and save 20 to 25 like there's a million things we can do but at the end of the day I'm not going to ask people for a 9.58 increase knowing that I won't get that but I'm not going to do it okay well I mean but but why not like so those things cut well I mean like the best legit so will those things cut I mean hey I'd rather cut than do that so would that work let's return the buses we're not using there's a hundred things we could do it it depends on how much money that realizes I mean if it depends on how much you want to Levy if we if we hold John Dr petsky the answer is no yeah we already answered the question earlier it doesn't allow us to to increase our fund balance it doesn't allow us to have the monies for the capital projects you don't pass you don't pass the levy then we go into a death an automatic deficit situation for our operational budget and those other things can't be done yeah I I just like like if I had ideas on how to save the district money I wouldn't just sit with it I would be putting it as an information item on the board I don't understand that process four years we've been talking about all these things all right can I have a motion please I made a motion oh oh okay sorry Mr Gatewood hi Miss Doyle hi Mr cloaker aye Mr Cerrone aye Ms Swanson no Miss Johnson hi Miss simulton aye motion passes six one um action item 11.6 approval of student information system can I have a motion please I make a motion to approve the contract with PowerSchool student information system for a 42-month term as prevented second Mr Cerrone aye Ms Johnson hi Mr pluger aye Mr Gatewood Miss Doyle Miss Swanson Miss Hamilton um I motion passes six one um action item 11.70.
um remove remember always that and then print that rest up as number one okay anybody else I have a couple things I like there I have an agenda item on returning on Junior high-end JV Athletics and I'd also like to have an agenda item or returning track for this year for next career like the track um as soon as possible but it may take us a year to do that but I think that they have a significant amount of kids that don't play baseball yep I would like to go out for track you know and so and we have all the stuff we haven't got rid of any of it so I mean just to be clear these are for January's meeting because of the the two consecutive night meetings we can't change the agenda for tomorrow so it'll be January I understand okay I just wanted to yeah yeah no I just like I said I was just trying to be clear with you so I'm wondering why it wasn't on there yeah okay um may I have a motion to adjust our two new board member elects right here in the audience it may never come again you want to just welcome and the thing here and there's Saturday so uh hope you enjoyed your first three hour meeting uh Mr Guthrie aye Miss Duncan aye Ms Robertson aye we are adjourned at 8 17.

morning to each of you I typically don't need a microphone but since we're live streaming today um the microphone it is we want to thank you for coming out to support your children and the students in your school for the principals that are in the room and assistant principals as well congratulations to all of you we look forward to your opportunity to compete today and we celebrate your success at the school level as well parents I'm sure that in the last couple of days last couple of weeks you may have heard a lot of words being spelled by your kids as they have practice for this day and we look forward to this as somebody who still can't spell to this day I envy everybody up here I Rely solely on spell check to get me through the through the world and these are like the human spell checks right here so congratulations to each and every one of you good luck today it's going to be a great day the most important thing is that you enjoy the opportunity and that you get the cookies at the end and by the way that's c-o-o-k-i-e-s cookies all right again congratulations and without further Ado let's get this thing going Dana thank you thank you appreciate it I did leave off one important person and that is our pronouncer who none of us wanted this job and she loves this so thank you Jen shernikoff for um doing the pronouncer job so thank you so just relax now I have quite a few rules so students you're going to need to listen to the rules I will read them as uh slowly and carefully so you hear them all and parents so that you're aware of all the rules as well there's a lot so just relax rule one in competition after the pronouncer gives the contestant a word the contestant will be encouraged to pronounce the word before spelling it and after spelling it however no contestant will be eliminated for failing to pronounce a word but the contestant must spell the word that is pronounced while the judges attempt to detect a speller's misunderstanding it is sometimes impossible to detect a misunderstanding until a spelling error has been made the judges are not responsible for the spellers misunderstanding the contestant May request the pronouncer to pronounce the word again Define it or use it in a sentence the contestant may ask for the language origin of a word no other information about the etymology of the history of a word will be be given the pronouncer will not entertain root word questions requests for alternate definitions or requests for markedly slower pronunciation the pronouncer shall Grant all such requests until the judges agree that the word has been made reasonably clear to the contestant the judges May disqualify any contestant who ignores a request to start spelling the judges may also disqualify a speller a who does not approach the microphone when it is time to receive the word b who engages in unsportsmanlike conduct or C who it who in the process of spelling utters unintelligible or nonsense words rule three the role of the pronouncer is to correctly pronounce the word the pronouncer will give a sentence a definition and other information about the word at the speller's request if the contestant thinks the word may be pronounced differently the contestant must provide the alternate pronunciation and ask if the dictionary list of the pronunciation provided by the contestant the role of the judges is to determine whether the contestant has spelled the word correctly the role of the speller is to gather as much information as possible to help spell the word correctly and to spell the word correctly if it is the speller's responsibility to understand the word the judges may not disqualify speller for asking a question four a contestant starting to spell a word must stop and start over rechasing the spelling from the beginning but in retracing there can be no change of letters or their sequence from those first pronounced if letters are a change or the sequence is changed in the respelling the speller will be eliminated rule five the spelling bee shall be conducted in rounds each contestant remaining in the B at the start of the round shall spell one word in the round until we get down to the last two contestants rule six upon missing the spelling of a word a bell will be wrong and a consistent contestant immediately drops out of the contest until we get down to the last two contestants then the rules will change and I will come back and read those rules if a word has one or more homonyms the pronouncer will indicate which of these is to be spelled if the listed word is not properly identify either by defining it or by distinguishing the homonyms any correct spelling word of the homonym will be accepted the speller not shall not be disqualified for failing to note that a word is capitalized any question relating to the spelling of the word will be referred to miss ish Miss isherword in appeal form must be submitted to her by the end of that round the deadline for filling an appeal is before the speller affected would have received his or her next word and he or she stayed in the competition when only two spellers remain an appeal must be made immediately that is before a misspelled word is given to another contestant an appeal would state that the word in question the name of the speller and the reason for the protest the judges are in complete control of the bee their decision shall be final on all questions when the number of spellers is reduced to two the elimination procedure changes and I will come up to the podium to read that again remember to please turn off your cell phones thank you and Miss chernikoff will get us started good luck thank you so much welcome everybody we will now begin our District spelling bee with a practice round to begin each of you will stand and when it is your turn you will state your name in school and then we will give you a practice word to spell during the spelling bee I will say the I will say the word is blank and then give and then I will say the word two times if there is a common alternate pronunciation then we will give that alternative pronunciation as well during the spelling bee if you spell a word incorrectly you will hear the bell ring or a judge will state that the spelling is incorrect and you are disqualified okay you guys ready for a practice round okay so don't forget to make sure that you say your name and the school that you're from in the practice round here we go speller number one go ahead and approach the stand your name in your school please um Brianna armenta Sunset Hills your word is cold c-o-l-d cold thank you we might have a seat speller number two please approach the mic and say your name in your school please um Sadie Morrison Sante Preparatory your word is how are you you're good we would like to call this meeting to order and welcome everybody is that working okay welcome everybody to our work study and brief board business meeting tonight Tuesday December 6 2022 at 6 PM I have called this meeting to order and I will now move to our presentation and discussion topics 2.01 nutrition services meal pattern presentation and taste testing Dr McCord thank you madam president governing board members 2.01 nutrition services Mill pattern presentation and taste testing so I I've been here for a long time and I don't think we've ever really had it taste testing at a work study ever and when uh Miss betz approached me a few weeks ago saying hey what do you think about this I of course loved it because it's something that one we've never done two I think it gives a deeper inside look at what nutrition services go through and Natalie our director of nutrition services a week ago talked to all of our high school students that are in superintendent student Senate just about lunch and breakfast and how kind of no pun intended how the sausage is made on the nutrition services side and it was really informative and I think they gained a lot of knowledge and information out of this so we wanted you guys to be able to kind of see what they do in order to make sure our kids get some of the foods that they like and and they're taken care of appropriately so I'll turn it over to Bonnie and Natalie right now and shows yours awesome thank you very much so this came about because Natalie invited me to come to their taste testing that they do every Thursday morning during the fall with a variety of their vendors and so I'm tasting pizza and at that point in time I thought oh my gosh why don't we do this with the governing board and they can rate all these pizzas and I thought that would be fun and so I presented it to Dr McCord as you said and then here we are so to begin um so um Patrick put this up for us and so we'll go ahead and talk through this and I'm going to be doing none of the talking but I will drive and I will let Natty Natalie take over so it's all yours uh you can do yours I just gotta turn it on there you go hello hello governing board members Dr McCord thank you for having me this is weird okay thank you so it's more fun when we have our taste testings without everybody watching okay so I wanted to first uh introduce our leadership team which we were able to bring here tonight live and in person we have our admin assistant for the whole department which is Rhonda DeWitt which she had to step out for a second okay please please wave you guys then we have Michelle Shear she is our department buyer she helps bring all the food in for uh nutrition services there's Rhonda in the black shirt then we also have our supervisors here we have Tyler Ross he's right here he helps with all the junior high Elementary free and reduced and some of the technology things Christian frisbee champion right there she is a registered dietitian and she also helps with all of our special diets allergy menus uh the high schools and when we have uh student interns then we have Rachel Broughton okay right there she's our new supervisor and she helps with all the elementary schools and does some of our website and things like that then we have Judy Perlman she helps as an area manager for all the high schools and then she also is the manager of Gilbert High School kitchen so we're really excited that they were all able to be here to witness this testing tonight uh Judy does a lot of the district catering so a lot of you might have already met her and tasted her food tonight our focus is instead of on just foods that weed or get from the start on the food that we can serve to the students so tonight it'll all be real things that we serve in the school to the students during the school day first we wanted to go over our meal pattern Tyler has provided laminated copies for everyone at lunch the national school lunch program has us give five components and when the student passes the point of sale they have to have at least three on their plate outs we have to send them back for something else and if they don't have at least that on their plate then the USDA will not reimburse us for that meal so we will not get additional money and it's not considered a full meal the components are meat or protein so it could be eggs cheese anything like that grains they must be at least 51 percent whole grain fruit which can be fresh frozen or a hundred percent fruit juice vegetables the colors matter so every week we have to have a set number of red orange vegetables dark green like your leafy Romaine starchy which is like green beans corn legumes which can be even our refried beans hummus and then other which what we right now are doing for most of our other is cauliflower so it's white but it's another fluid milk we have to offer different varieties we not only have to have different flavors so chocolate and white sometimes strawberry or birthday cake milk sometimes we have like a orange dreamsicle milk whatever they're limited edition ones are but then we also have to offer different fat levels fat free one percent okay next slide then we have the school breakfast program which that only has four components and they have to have at least three greens same thing as at lunch must contain at least 51 percent of whole grains fruit and vegetable we have fresh fruit at breakfast we also have side items that make do that like a hash brown could count as a vegetable and then of course the 100 fruit juice fluid milk same thing offering different varieties and fat levels and flavors and then meter protein this Bonnie found fascinating um you don't have to offer any at breakfast so you know if we put on turkey bacon or sausage that can actually count as a green at breakfast because only greens count not proteins which is very interesting because to fuel you for the day sometimes protein will last longer so we definitely have yogurt and hard-boiled eggs and different proteins but they actually count as grain at breakfast so we are in compliance with all of our menus we were just audited we make sure we follow them and if something needs to be substituted we make sure it's in the right category we had just recently held interviews to get a new supervisor and one of my trick questions was if you're out of this food what would you substitute and two out of the three final candidates got the answer wrong and the one who got the answer right is the one that we hired yeah it's just to be clear and to be clear the answer is not Twinkies is that right exactly when in doubt not doing case okay so we are currently ready for the taste testing yes we are so ready so we wanted to First give a little background like why do we do taste tests if we know a certain Pizza meets all the requirements we don't just say this is the pizza you get and you love it we take it to the students and we let them try it so we have a timeline that we've developed every school year where in the fall from about the first week of August until this Thursday is our last one in December we um after not quite yeah you'll see it on the sorry guys um we do where the vendors come in and they show us all their new products show us all their popular products show us all the products that are compliant for schools and then we taste them and if if they're just not good then we don't order any samples if we taste them we think you know I think the students might like this they'll give us free samples and we'll go out to a school and we'll have the students vote we may have pizza a and pizza B and we'll have a tally sheet and we'll say do you like this one or this one better which one would you buy at lunch and and we do that and that happens mostly January through February at the end of February we have our new menu locked down for next school year and in March we divert the commodity pounds so that we divert the cheese for this pizza so that it brings down the price and also commits us to what pizza we're going to use for the whole school year May and June we provide usage to our vendors let's say we say we need 400 cases a month then they know so we get enough and that's why if you were to come visit us in July and say look I found these new crackers they're so great and we're like well it's a little too late now we already figured out a long time ago what we're serving or the best is maybe someone will come up to us and say I just tried your pizza it's disgusting you've got to change well now we've been locked in with our things we can get different flavors and varieties of it but we're sticking with that brand and usually it's a matter of taste preference so we're all adults sitting at this table sometimes kids palettes may be different than ours they may need to try food 10 times before they know for sure if they like it or not so kind of put yourself in student mode as you test these and say to yourself okay it may not be the actual Pizza that I eat from Little Caesars or whatever but this is a healthier version with reduced sodium in the sauce you know the pepperonis a lot of them is turkey pepperoni low-fat cheese whole grain crust so it's a much healthier elevated version than if you were to just go get pizza next slide now we are doing our pizza sampling so you have four pizzas in front of you um has Tyler left the room uh she's gonna pass around a sheet so that if you don't have a pen we also have a box of pens with us right there so for the pizza taste testing we have the green plate the pink plate the purple plate and the yellow I put it in alphabetical order for you and you put the overall winking five is the best five is wow I like this I would eat it one is the worst the very worst you put it on the ranking then after you're done ranking all of them one through five then you're gonna Circle the color so let's say purple was your absolute favorite you'd Circle purple at the end and then we're going to do the results after okay so you all don't have to eat the whole piece of pizza we tried to make it skinny slice one time I ate dinner before I came to abortion I did I did my apologies I should have come hungry and on Thursdays I don't eat lunch because after the tastiest thing I've already eaten everything so while you're taking the samples we'll go ahead and just share some of the photos that we included in the presentation and kind of talk through some of the pizzas that we offer here in Gilbert Public Schools all right four different pizzas please so I did to give them all the instructions okay good okay so while you're eating and enjoying we have some pictures from the actual schools that we just took the one on the left is an elementary tray so they have a five compartment tray where they can put their different meal components it has the pizza for the grains it has cheese and pepperoni for the protein then we have the salad next to it or your vegetable and we have cucumbers up in the top and then apple slices cancels the fruit and then the student this is an actual student's plate took apple juice they didn't feel like milk we don't force them to take it as long as they have enough meal components then they can go if they have no drink I might say oh did you want something to drink because it's offer versus serve so we don't force it the plate on the right in the picture is the high school plate um yeah I think that was Gilbert High so um that's a piece of pizza probably my error sorry about that well I think we had a Mesquite pitcher and then we switched it that's what happened so we're totally fine but that's representative of all five of our high schools looks like that and then they can take milk and or juice they've got their vegetable on the side they have the Apple for the fruit and this person wanted Ranch okay do you have any birthday cake flavored milk did we bring any tonight no but you can stop by at school tomorrow we do have it I feel like it tastes like a vanilla cupcake so they could have just called it vanilla milk we do have vanilla milk sometimes but the birthday cake milk is because Roxy from the dairy she's their cow she's celebrating her 100th birthday so it's important so I happened to walk in as Tyler and um Natalie were going through this presentation and they were fighting over this picture to the right that it's inappropriately labeled Mesquite it's actually Gilbert High but we had a picture over there that had like eight pieces of pepperoni shown on it and Tyler's like Natalie you can't show that we're required to only have four pieces of pepperoni per slice of pizza I just and then he said let they go and watch this and say that's not what mine looks like so so yeah he won that fight the other thing is we do serve pizza a la carte so this is a reimbursable meal which would be for free reduced lunch or for those that are paying for it and then we get reimbursement from that but we do sell the pizza's a la carte at the high schools only secondary secondary only yeah okay yeah you can sell parts of the meal at secondary but in elementary has to come as the whole meal okay all right next so go to the next one okay okay then we decided to get even more authentic and go in line with the students I didn't tell which schools so it's a little more Anonymous but we have the high school Pizza plate we have Elementary and they have orange chicken that day because they only have pizza once a week so the day I was doing pictures and then Junior High she wanted to do a thumbs up and she was being shy so she put her thumb in front of her face but if you'll notice she does have the side salad right behind her juice so she didn't have to take milk she's got her juice for the fruit she's got her main entree and she's got her side salad and so not only are we working the register to make sure we are accurate with the numbers but we're also looking at each plate to make sure they have what they need on their plate okay so has everybody started filling in their numbers a little bit okay you're done you're close Okay so because I don't want to do spoiler alert give you any information this is a blind tasting well don't tell them yet just tell them which ones right well what if they can tell from the picture oh don't look too closely okay so we gave don't look too closely so there were four options for the pizza tonight one was Domino's which is a delivered ready to eat pizza they cook it in their Domino's store and then delivered to our kitchen a few minutes before lunch that is only in secondary right now all of our Junior highs in our high school then we have big daddies which can be used in the elementary that's a product from Schwann's then we have wild mics which can be used in the elementary which means these come in as Frozen wedges and we cook them in our ovens and you can smell the pizza cooking and then we serve it fresh to the students and then the last one is nardone brothers and same thing it's for the elementary so in the elementary schools we prepared on site in the secondary schools they prefer to have something delivered um okay now yeah okay so now uh Tyler will come around and pick up your papers this is in real time he's gonna give us results I didn't bring the calculator Tyler he doesn't need it so you put zero for all of them Gabby's Tyler oh yeah she's up top so there's there was pepperoni and there was cheese yeah some had little chopped up pieces of pepperoni as well as the round pepperonis and some had different sauce different seasonings slightly different crust but they're all whole grain I can't tell you my favorite yet because it's too soon okay all right now I'm going to give you some little information while he's tabulating our results he went in private good okay here's some pizza statistics that we pulled just for your information and I found them very interesting this year from the first day of school we started the end of July through November 30th we have ordered 16 393 pizzas from Domino's so Bonnie was just being curious and she said well about how many pizzas have you ordered from Domino's and I thought for a few minutes and I said over fifteen thousand and what was your guess six six thousand so then we had Tyler look it up and it is 16 393.
foreign that cash balance report as of November 29 2022 count balance on November 15th 2022 was 6 35 5 37 18. we add deposits from November 16 to the 29th 4 million 455 a 12.54 less payroll on operating cash balance uh of 12 million 349 463 spot 57. you know in terms of motion no threatening Transportation leaders here with us today uh at your request and uh I'd ask Tim if he wants to introduce the people that are with him today and um so that everybody knows all the people you brought with you they're all they're all people that we've worked with over the years some for one person for 30 years or more and uh and have always had a good relationship with them so thanks for being here tonight appreciate it I appreciate it superintendent Lavoy and my name is Tim Sheehan I'm the senior vice president of operations for nrt bus across all of New England with me I have Pete Delaney client relations behind me I have Lisa alturicio who is the vice vice president responsible for the school district and beside her is Christine Valcourt who's been a a member of nrt for 30 years and has been responsible for this contract in the past and is primarily a technology person within our organization now thank you and thank you for having us they can explain some of the concerns that we have of as far as with the uh with the busing so that they can be addressed I'm sorry if you don't mind foreign thanks for coming um so just to recap I know we've been um kind of in Communications regularly however we still have a number of buses that are showing up in especially in the afternoons late and what what has improved is that you know we do have information that we can push out to families in terms of you know bus number 12 or whatever it is that's late however the the number of buses that are still late and as we move into the winter and move into the colder weather it is still a significant concern that I hear from parents and students on a regular basis I know before um when you came to speak to the committee there was kind of a plan in place and I know that there were several drivers that were in the process of being trained and I also know that there was some challenges in terms of onboarding permanent drivers to Greater Lawrence Tech but I think that the committee had kind of asked the superintendent and I for the current status in terms of where we're at with 100 percent busing for our students for especially for the ride home that please I appreciate the the question and you know I'd love to be able to sit here and tell you that I've got a a plan for 100 Staffing for the drivers and the reality is is that we're not we're not there and we do have drivers in the pipeline coming uh to the Merrimack Valley however this is a nationwide shortage and we are doing everything we can to get the drivers that we can that we can um specific to this District we raised our driver rates 30 this year we went from 20 to 26 dollars an hour we offered 401K improvements with a company match of six percent we offered overtime that starts now this year and we offered floating holidays and I would tell you despite all of those actions we are still struggling to pull people into work and that's not just specific to here it's across it's across the country Frank you said you didn't I'm prepared to answer all the questions but you doubled your statement that's what I'm saying I am right because I think we'll lead into more okay Frank Mrs Fitzgerald Hi Marilyn Fitzgerald I represent the town of Andover and I have made a little bit of noise about this I feel that we are low man on the totem pole I know all of the you're pretty much the only show in town across our entire Merrimack Valley the region other than Whittier that has their own buses and drivers and methuen's problems were solved anova's problems were solved I saw the wonderful piece on end of moms today with your electric buses being shown off to them and everything so I asked the question the last time how did they get their problem solved and the answer was that it's a pecking order so to speak that your long-term drivers get to pick their roots and they didn't pick us which of course makes us feel really terrific and I just feel that as a company and we've been with you forever when it was strongly breasts and then you took over and there was a point where we were your biggest account because every child that comes to school here is bus they don't um you know from for the forescending communities so I I just don't understand it on a a almost a moral issue how you can let us be the ones that get the tail end and I I just am beyond frustrated with it so if you could answer me other than it's a pecking water and I understand why seniority rules that's the way it is I don't think that tells the whole story though either in fact we're not even to have a full complement of drivers in the city of Andover so today we we Outsource with a third-party provider in Andover who provide four buses for us to complete our full driver compliment in the city of Andover we have tried we've tried with that specific company for greater Lawrence Tech and in fact superintendent Lavoy and I also took a meeting with another party out of another company out of Lawrence to try to Source drivers for greater Lawrence and we were we would we told them in that meeting that we would put them into place the next day and we never heard back from the owner of the company so just just to just to elaborate on that Lawrence is not out of full complement of drivers methuen's not at a full complement of drivers according to the scope of the contract are we moving kids around yes we are but we also double tripping over there um and we are using different vehicles to solve problems within those two districts there is not a district in the Merrimack Valley that we are at a full complement correctly if I'm wrong that we are at a full complement of drivers in any of the school districts surrounding you if I could add one thing um we heard that um when they're through say with the root of Methuen or Andover whatever that then they can have overtime by then taking our route even though it's coming late for the kids so isn't that in itself reason for them to not be on time because they're getting paid more and I'm happy for whatever they make but it's just it's we're in November excuse me we're in December and it really isn't any better yeah the short answer is drivers don't get overtime until after 40 hours and so they're not receiving anything in terms of additional hours they get hours worked for anything they do in and above their normally scheduled route until they hit 40 hours and then they would get overtime and um and so it becomes a driver's decision on whether or not they want to work and quite honestly our Workforce that I inherited I've been with the organization a quick 18 months is an aged Workforce that quite honestly took us as a retirement position and you know they're very happy with their four hours and I can't force them because if I then force them I exacerbate my issue with it just say you know what I'm done and it's it's a very delicate balance as we work through this and and quite honestly after covid we did not see the workforce come back like we expected it to we work very closely with the State Department of Labor within the state governor's office on a weekly basis we're down on down in Boston looking for Solutions and strategizing with the governor's office on how we can try to solve this problem you know a report came out three weeks ago that across the United States right now there's seven million males between the ages of 21 and 60 years old that are not coming back to the work and and that's just staggering in and of itself and you know despite the fact of us raising rates to be what I would say competitive and as I came into this Market I found as I came into this role I found that that this organization was lagging in terms of our position in the market from an employer of choice from a driver's salary perspective and the changes that I've made this year to try to correct that despite those changes people still people still aren't coming back to work and so I would like to say that I I do have people in the pipeline we do have people in the pipeline but can I promise you that I'm going to have your your problem solved here at Great Lawrence Tech in the foreseeable future I can't because coupled with that I bring three drivers on here in Greater Lawrence Tech over the last month and a half and I lost two so I brought on three lost two of net one and flu and covet is still impacting our operations and I'm sure as it is your schools and um and so we're dealing with that that book off or call out sick I think we had 21 call-offs in Methuen yesterday Drake at office 21-21 College the drivers having flu or coven so it's it's rampant and it's rampant in our in our organization and it's just it's a challenge every day is a challenge thank you and thank you for your explanation I mean the last time you guys came before was you and you opened up this beautiful facility in Lawrence um I know I was there with the governor and everybody else um and you just got how many electric buses in Lawrence 24 to four so we got we got a 10 million dollar grant for 25 electric vehicles right with 25 from Lawrence and four in Andover no so the ones in the Andover are a test that we purchased okay um but you still don't have drivers last time your representative was here I'm sorry I'm not seeing the correlation between them not I'm getting there okay all right okay and trust me I've just had this argument wanted to say Representatives um you have this beautiful facility you're going to get drivers to um be trained that doesn't speak English you had a partnership with Greg Lawrence Community Action Council um which after talking Saddam is never no mrus ever been signed and nobody's been there I believe the superintendent has reached out to you if you have such people that we could provide such Services here um and that's what we're looking to do to resolve our issue because I have kids here still here since the beginning of school year and I have their parents complaining about the delay and if I was a kid still here two hours after school why would I want to come to school I mean a lot of our kids have to go home to to deal with their their to take care of their siblings do their homework go to work and they're still here um so how can we help you resolve and and let me go back to the you said my understanding the buses from the drivers for Andover North Andover are getting 30 an hour I mean not Andover methuania and Lawrence Haverhill gets 30 an hour where's Lawrence at right now 29 29 yep and how much 26 26.
I will call this board of education Finance meeting to order um Miss jacinski please call the roll sure uh Mr crippo here Ms ham here Mr Rosen Rosenberg Mr chairman you have a court great uh all rise for the pledge can you see the flag I can't okay indivisible with liberty and justice I think I missed the word you raced through that let's give it I know well it's that all I hear is Echo and I don't know if anyone's saying anything and I don't know I say it Bob's here to testify uh I'm sure Patriot that I am okay okay so here we are okay uh Mr maciano is there any public comment on our finance meeting this evening I do not have any and I will just confirm and ask Carol if she has any that sounds like no that sounds like a no yeah sorry no no comment thanks Kyle um all right so we will move on to our discussions this evening uh let's see we have first up was uh food and nutrition budgeting hey Sam how you doing good evening you'll now be accounted attendance thank you I'm having this laptop is a little wonky tonight for some reason so can you hear us I can hear you I'm just hoping you can hear me yeah okay yeah all right Mr grippo you want me to just jump in on the first topic food in the kitchen budgeting go right ahead so the um really what the purpose of this agenda item was to give the finance committee an update on where we are in particular what our smart funds as you know we have been providing free meals to all students since the beginning of this fiscal year and that's a continuation of what we've done um the probably a couple of years during the pandemic however this year is different in that the federal subsidies to support free males for all students ended and so the state made available smart funds and what you're seeing you could see the screen where it says smart funds received okay so the Cheshire Public Schools like many other schools that participated receive us received the sum of money called smart funds and now in our case as you see on the middle column there we received 687 772 and the way the program was structured and we can't deviate from that is free meals had to be provided for all students we couldn't use this as a as a subsidy offset if we were providing free meals that had to be for all students and so what we've been working toward is managing um to use this money as far as it will take us we had originally explained to the board that based on expected participation rates the money would last us through November the good news is that we then updated based on meal counts and food and labor costs that we can extend through the um through December and so it was anticipated and we had announced to our parents that we believed we would be able to provide free meals through the period of December and when students returned to school from the holiday break in early January meals would no longer be free however we do have an update and that's what you're seeing on the screen so if you look at the column that says expended and then across September so in the month of September we expended 160 784 and that left the far right column a balance of 526 988 and then as you continue on in October expenditures were 162 000 then 167 000 in November what we're projecting for the December which is the month we're in we have 16 serving days at eighty eight hundred three dollars per day that's what it's been averaging we'll expand 140 000 and so at the end of December before we begin holiday break we'll still have 56 653 dollars so what we um then did is said okay we will project out as many days into January as possible to exhaust the smart funds on a Friday we didn't want to cut the program off during the middle of a week so we selected January 13th that would bring us to nine additional serving days in January that we cover but we will run out of smart funds during that second week in January so we'll expend 79 000 through the first nine serving days in January and you see that minus twenty two thousand five seventy four essentially we will fund that minus balance through the food and nutrition's budget as you know we have a reserve so we intend to fund that twenty two thousand five seventy four so the good news and the point of this slide is just to explain that we will continue to provide free meals when the students return from the holiday break and we'll be able to do that through January 13th that announcement has to go out to parents um 30 days prior in accordance with the state requirements for this program so we haven't sent it out yet but we plan to do that in the next couple of days so that is that is the update you know we we've taken this really pretty far a lot of other districts you know did finish their funding in November and or December so we stretched it out as far as we could it's as far as just another little bit of information the 8 800 per day that we're expending is based on our participation rate about 60 percent of our students are taking advantage of free breakfast and free lunch meals the highest participation rate that we have as a Chapman which is 78 participation which is excellent the 60 is very good across the district um and I'd like to explain that because you would think that our participation rate would be a lot higher um because the meals have been free for um you know two years plus but sixty percent is where we are as a district so I'll pause there if there are any questions or or thoughts or comments from the finance committee members yes one uh Faith go ahead uh why are down to seven serving days and not tip into the reserve you know we it was just a decision based on not wanting to um cut off like on a Tuesday or a Wednesday and you know we just thought that was better to just announce to parents that you know at the end of the week that that ends on January 13th that we uh would stop serving the free meals it was as simple as that just to use some of the reserves um yeah Faith you kind of stole my question there um so yeah so there's a thought to so you could have get you could have stopped the week prior right for five uh four serving days instead of nine right and then you would have you would have did you have the option to give that money back well that's what we're trying to avoid giving any of the funds back because we we don't get to we don't get the advantage of those funds if we don't use them so we thought we would extend it as far as we could and Again part of the thinking that went into this is that the you know we have a fairly healthy Reserve because of the funds that were provided during the federal free mail program so it's a it's giving back some of the reserve that's been accumulated over the last two years and tried to extend it as far as we can we're not recommending to go any further and we don't have to go till January 13th we we can stop on the day that we run out of funds so I'm just curious the implications of you know 22 000 I I can't believe I'm saying this it's not that that much on a grand scheme of things nevertheless the implications of using that for this program and you know where I stand on free lunch is for everybody including those who are well in a position to afford making their own lunches but anyway um I just I guess my question is you know we may that Reserve what are we reserving it for and um are there other needs that are going to pop up where we're going to say maybe we shouldn't have done that I I you know I'm just you know they they these could subsidize the cost of a lunch for somebody I mean you know I just I I don't know do you know faith I guess the the use of the reserves is limited to the food and nutrition program in other words those reserved funds could not be turned over to the to the board for purposes other than food and nutrition no and I get it yeah I get that so what we would what we're planning to use the reserves to do is buy equipment um do some refurbishing of the um various cafeterias that we have now that we know we are going to be building two new schools that we know which schools they are we know which schools are staying online we've we've had in our capital budget funding um requested that was not yet approved to do a series of improvements at the Highland cafeteria and kitchen so that's what we would use the reserves for but as long as they're being used within the food and nutrition program such as subsidizing for um it's roughly two and a half days of meals excuse me roughly uh yeah it's two and a half days of meals for students this is an allowable use of the reserve uh yeah I personally I would just rather it be reserved for things like capital or underrating the cost of meals going forward or something to that effect just for those who cannot afford their meals uh as opposed to those who can but anyway I'll be quiet well so you're allowed to speak but remember that um even though this program ends free meals for all anyone who's eligible for free or reduced meals that program that continues forward and so any student who doesn't have the means to either fully pay or partially pay for their meals their cover which is roughly 15 percent of our student population here in Cheshire so they they won't be um negatively affected when this program ends um so that leads me to a battery of questions um so firstly for the free and reduced lunch um do you have to sign up for that and if so have our free and reduced population been identified and already been signed up for and ready to go on the day after of so prep January yeah February 16th or whatever it is they are the the way this year started is that any students and their parents who are eligible for free and reduced had to either submit their application on time when school started and they can submit now even if they didn't um so a portion of our free and reduced comes from um parents completing the application which you could just get online but a portion are automatically enrolled for free and reduced for example any any child that's on husky the medical program they're automatically enrolled and and there are other categories that the auto enrollment takes place okay so there's a so a certain percentage of that identified 15 is already or you that 15 is from the people who have already signed up is that where you're getting that correct from essentially correct and you know even though this the females were in place for all for this school year you know our food service director and her staff you know they continue to let parents know about the free and reduced lunch programs that they may be entitled to so we never stop uh letting parents know about that um opportunity if they need it and so there's no like open enrollment period for that program no someone all of a sudden comes on hard times they can walk in the next day and say listen I you know we need to sign up we qualify now and you know that can happen like that yes okay um and then so I guess the second question is oh well sort of second quit that's like what question seven now or whatever um so the beginning balance that's 687 000 you know we're using up um and so we discussed I think at the end of last year or during the summer time that our food costs were going up like 40 or 50 percent um and that we are going to have to adjust the lunch prices is that something that we if I don't because I don't remember is that something we still need to establish as far as what price we're going to be charging and how we are financially as far as that goes as far as the liability of our program yeah good question so the board doesn't oh the finance committee or the board doesn't have to do anything further those meal price increases that were approved uh which were generally 25 cents for lunch across the school district those took effect October 1st and because we were offering free lunch to all that that cost wasn't absorbed by parents but it is built into the pricing starting on January 13th the 16th would be the first day that those prices are actually charged and when I say that if a student under this program took a meal and then took a second meal which does happen some students do take two meals parents were paying that higher meal price for that second meal it's only the first meal that's free under this program as well as a free and reduced lunch programs so no the you don't need to do anything at this point a food service costs they are certainly higher than they've been in Prior years um it's not really subsided all that much although the availability of product has gotten a bit better and those higher costs are reflected in that 8803 per day so then um at our next business meeting then I guess we should remind parents that you know the the full price will be coming back online mid-January and that they should begin to recharge their lunch their child's lunch accounts it wouldn't hurt to do that at the business meeting but just know that we communicate we've communicated with the parents the um increased lunch prices at the beginning of the year when we we try and continually do that and we will certainly give them a notice you know that the free meals are going to expire you know January 13th assuming that uh you know we don't change that um so the the parents will will know or they should know if they read their parent Square notices and if not then if when the kids start charging lunches they'll start getting those uh a balance do notices anyway right and then right they'll figure it out I can still figure it out at that point sometimes you know and I I will add this caveat that it's possible that that 22 deficit won't be the actual amount of the deficit it is based on an estimate so for example um we have more students that are not in school and we we have seen some illness spikes although it's not necessarily covet so the money May last us the state's money may actually last us till January 13th you know we'll see I like that positive thinking then well it's not so much that I just want to be it this is an estimate you know we do our best but of course it's based on of course the Sovereign suffering of sick children which we don't necessarily want yeah right we don't want that um are there any more questions on this topic uh your muted Faith Sam do you have any because I have one more um okay so then in that bill that passed last week the special session Bill there was an appropriation for 30 million in free lunch do you know anything about that or did you say free lunches something like that or school anyway um did you see that in do we know what that's for I believe and I I'm not I'm not certain about this faith I know that there was a proposal to provide additional funding for free meals in that legislative session um I I was talking to Erica be a jetty this morning apparently that did not pass so I don't know um I'll double check that tomorrow but I'm not aware of any additional money being provided for this program okay okay so you but you heard that or that uh it might be 30 million well I looked at the bill yeah and it you know it had all kinds of interesting um Appropriations but one of them was 30 million I'll see if I can find it I'll send it to you okay okay that's all okay good closer faith hey mic drop maybe get a little more money who knows um okay see what happens all right uh we'll move on to the next topic which is new program requests that list that you sent to spin uh yes and actually I'm going to start with um just a a quick review of where we are with enrollment projections for 23 24 because that'll have you know that'll weigh into some of the new program requests so let me just pull that up now this this first screen when it appears is really hard to read um but that blue dotted area I'm going to just zoom in a little bit so this blue dotted area shows the 23 24 school year and it's the projected enrollment that goes across here and so you can see just very quickly because I'm going to move on from in a minute but Kindergarten for next year is projected to be 307 children and this year as actual is 283.
to December 2022. thank you for the 624 meetings not including special sessions because you thank you very much we're going to miss you too you can come online Andrew sure yes one two three thanks so much okay does anybody else on the board have something to report them if not we will move on to the superintendent's report again Mr President members of the board wanted to present a little different kind of uh superintendent's report later on you're going to hear from me again during the evaluation in depth reports and slightly here I'll just change it up do something a little different this is from the jted meeting we had here Pima County jteg was very supportive of our program and uh I believe Angelina has a little um she was able to put a little music with this and so I'll let it play and then I'll just talk about it afterwards thank you [Music] foreign [Music] just to share with everyone this was part of our uh first ever um uh State USB unification project and so we had uh under the direction of a she was our coordinator coach Wilder Cornell Coach Q can you please stand up he deserves all the credits and so we had a staff Community we had a Miss Macario and her husband uh one of our new teacher business and her family they just came over and we had a a lot of we had aho was there you see that young lady on the far left Mr Rodriguez is one of our new board members I believe in the next slide we have Miss Robertson I believe Mr Morales who I understand or served as a principal and also as a board member and that young man on the far left is my Father Victor soltero he wanted to come all the way from Tucson so he wanted to come help out there we have there's a route at the base the bottom of that shovel that uh Miss Robertson was determined to take out and she didn't leave until we took it out so it was great though her a picture of Alice got it out uh the next we have Miss Rodriguez she didn't stop she started right there that's in front of the gym area and she went from there all the way around towards the softball field towards the track and so it was great to see the energy the next site we have Miss Robertson and Miss Cote and so it was good to see the staff here helping out and just people there you go uh in front of the district office Mrs Cote uh my Father Victor Solutions just raking wherever we could find things to do uh this these two were a dynamic duo oh and Miss Katie they attacked the baseboards in the gym and just started cleaning away on their own everyone just kind of found their own thing to do and there we have also uh Miss Moreno I believe and Mr Moreno um they just moved out the trophy cases and just got to work I mean everyone was really self-directed and we have here I want to say this little and and uh one of our uh many sheriff's deputies that that arrived in uniform and just gotta Rick and started being a very nice family and there was there was a start when we when we started at eight o'clock you can see everyone in there from from left to right you see there uh myself Mr Hopkins and we have missed Mr lesko Coach Q and Mr Coach Q Mr Rodriguez and I want to say who's the young man right behind her not sure okay there we go and we have this little and my father I think we have is that Morgana back there and Gabriel so that that's who we started out with when we was about eight o'clock and a long story short by the time we got outside we had I think over 50 people and everyone just had breaks and shovels and it was great to see and so that's our first uh ausd project and people there shared that that they had been wanting to do this for a long time uh that they want to do another one Mr Robertson was also I don't have him on the picture there but he first started outside when he went into the gym it was cleaning the mirror room the rocks and so he actually gave us some good ideas of for the next cleanup to have it set up uh different teams in advance so who can attack what areas right when they come in they just go right into the gym to the field and so I know Coach Q was talking also with a lot of uh volunteers but kind of a different superintendent report just wanted to show you what what happened uh last Saturday and also if we can go back to Mr chiji I believe Angelina the very first picture we were very fortunate on November 30th we had the visitors from the Pima County Jail Thomas Bogart I believe is the Chief Financial Officer Mr jdrct director Tina Norton Dayton special projects Patty Greene gay kid chief academic officer and Kathy Prater crater this superintendent for Pima County jted we took him on the tour of Dr shavoltz and Mr chiji met him during the Board conference room then I joined the meeting and we took him to our space class where I think Mr Bogart actually got to do a flight simulator and the students coached him through we figured we'd have a little practical experience for our visitors but that's um superintendent report just wanted to kind of just put some faces uh show a couple of the events going on and the Pima County gate team was very impressed and just place to their support really love the program just fishing Mr Bogart keeps sharing with us that you can see a lot of great things going on here at Ajo um Miss Miss Laura Smith our business manager was also present at the meeting her and miss Prather via Tucson I believe so a lot of great things going on great news um as Dr Chabot shared with you uh yesterday we're going to add another component to a J10 CTE uh Mr Coach Q with electronics but there's a lot of great things going on and it's not my report the traditional report you can see it in the faces and the events going on so that's my um superintendent's report on current events thank you very much may I have a question sure I thought you had a Yankee Yankee Sarah Lakers as a Lakers shot what's the matter with the that's right that's my twin brother oh oh okay you know you know in Tucson Tucson Arizona growing up is a U of A Town all right but we also follow the Suns and the Cardinals and a little bit of everybody so uh it was a great it was Saturday was a really great just a really good shot in the arm uh it was great to see the people there and they all kept saying what are we going to do this again so uh we're gonna work Coach Q and I now we can make it better next time so it was very successful outstanding thank you very much okay that's my address is the consent agenda you have a motion oh make the motion okay uh Mr kirznerch is I Mr Hopkins aye Mr Guthrie aye Miss Duncan aye Ms Robertson aye motion passes five to zero [Applause] personnel the first item of business is the certified employment CTE Electronics teacher Dale quinoa I would like to make the motion for approval with an amendment to it that we separate um the two yes the job description and the employment I'll second that I said based on a discussion with the lawyer today that's how we are supposed to do that when that when that happens again okay uh on the first of officially hiring then I'll go ahead and uh be I for that okay uh Mr Guthrie Miss Duncan aye Ms Robertson aye look it is created Five to zero and ask for the hiring of Mr Coach Q I will go to I Mr Hopkins aye Mr Guthrie Miss Duncan Miss Robertson aye motion passes five to zero actually the business is the classified resignation of school nurse Shannon wolf Mr Hopkins um schools nurse to the administration her last day of employment will be December 15 2022 I recommend the approval of the resignation of Shannon wolf as school nurse I will make the motion I'll second Mr Hopkins aye Mr kurznerchuk is aye Mr Guthrie Miss Duncan no Miss Robertson and I just think one person needs to yes ma'am yes ma'am we will pass it at four to one with everything noted thank you Marcia okay next item on business classified employment on the Yahoo school nurse Jessica Augustine Mr President members of the Court guessing Augustine has been interviewed in reference checked for the position about the school nurse Christian has received their fingerprint parents card recommending the approval of the employment of jesna Augustine as the Apple schools nurse I'll make the motion a second too Mr kirznerch is I'm Mr Hopkins aye Mr Guthrie Miss Duncan aye Ms Robertson aye motion passes five to zero okay next item classified employment paraprofessional teachers Aid Irene casparena Mr President members of the board has been interviewed for the position of therapy Wisconsin has received her ivp back ground check I recommend the approval of the employment of Irish castavana as a teacher's aide okay I will make the motion no second Mr Hopkins aye Mr Curtis and rich is aye Mr Guthrie Miss Duncan aye Ms Robertson motion passes five to zero okay next item is the approval of the inflation stipend Mr President there was the board all not administrative employees will received a payment of 1200 dollars to be paid from mno after payroll taxes only approximately one thousand dollars I'll make that motion um I would like to you after I was second and I'd like to add something to this if or unless you're going to do it I'm just gonna okay I'll second go quick yeah again we had a talk with the lawyer today and we asked him about increasing this dollar amount he said since it was specified in the in the agenda we should keep it at what it is and then if we want to in January to vote to add a hundred dollars to it to get it so that the total payment is over a thousand that was the best way to go about that foreign next item extra pay positions uh it says employment but we're talking about the basketball developmental team and the appointment of a coach yes Mr President member of the board of the boys basketball development team Mr sane is requesting a position to coach eighth and 9th graders schedule to grow a high school program I recommend the approval of the boys basketball development okay and I'll make the motion with the amendment that we're going to split this one like we did before so we have one vote on creating the position the second vote on putting the person in the position and I will second question so are we going to specify the amount for the position at least the pay rate would be up to the administration to specify instead of that and what they explore the last night they wanted to average it out between a head coach and assistant coach correct which I think if we did the math was about 1600 uh 2600 2600.

she had an unfair Advantage because I didn't know pizza was served every day at the secondary that's true there's a trick question and then they're cut into slices so that's 131 144 slices of pizza purchased from Domino's so that's a lot of pizza it is served daily in all of our Junior High and high schools and in the student Senate when we were talking to them with Dr McCord one of the high school students was saying how they go in the pizza line and a lot and they said Pizza is always the safe choice and I found that so interesting you know it's okay if you have it every day it's a safe choice so um I found that very interesting okay next slide is for elementary schools so from the first day of school to November 30th in elementary over 60 000 slices of pizza have been served so we cooked it and served it and it's only on Friday so if there was a holiday on Friday or something special or no school that day then it was skipped so that's still a lot of pizza for only one day a week is he back do you see him sorry I don't usually do this okay so we we will page him there he is dramatic so now you're going to tell them yeah let's tell which one and then I'll tell you what they are here come on up and speak in the microphone so we can oh yes Tyler come on you know oh I get to be you hello where did he go hello Governor board members so we had on our pink plate was Domino's yellow plate is wild mics our green plate is nardones and our purple plate was Big Daddy's we had a tie in first place between Big Daddy's and nardones at 24 points our pink plate dominoes is in third place with 23 points and wild mics at 17.5 points overall we had the most the your your most favorited item was the green plate which was nardone's pizza I'm taking guesses here who would like to let me know which of those frozen pizzas you feel like we use right now in our elementary schools I don't wild mics so we used maradons for years and about three years ago during the covid we switched to Wild mics nardones had a plant fire and so they had shortages and you know it was safer to go with wild mics kids loved it at first they're starting to get a little bit of menu fatigue right now like it's the same old same old so we're definitely super interested in this January and February going out to several schools and just head-to-head tasting you know put wild Mike skins and our dones and just head to head taste it my thing about the big daddies I hope they're not listening tonight is it looks good you look at it and you say oh that looks like great pizza and you get all worked up and excited to take a bite and then there's not much seasoning to it it's a little more bland this big the one I'm talking about is purple oh that was my favorite okay so maybe you like it a little less spicy you know I like it yeah spicy so that's just telling us that everybody's taste is different and that's what makes it hard when you have 26 elementaries you know this school May love this and this may love this so we can um split our Commodities we can say this much teased in our dogs and this much to Wild mics or whatever and and do it that way but then it gets to the warehouse and then they give you the wrong case and you know what I'm saying so it's just easier if everybody has the same and we know that it's um mostly accepted by most students so wild mics won big time but that is after we had like nardones for seven years so I think they just got tired of it and so it's fun to have something new and exciting so that was a very good result thank you for participating same specifications yes Domino's meets the same specifications the only kind of thing that makes me scared with dominoes is are they going to show up on time so in elementary school that is your hot meal choice so if they're not there you have the little kids all crying you have the principal yelling at you you have the teachers saying now I don't get to have a lunch it gets crazy when the pizza doesn't show up whereas at the high school and Junior High yeah and then it gets there after lunch now what you know it's it's terrible but in the secondary they have you know four other lines of food they could go to if it's five minutes late the little kids that would be really hard for the younger students because they had their heart set on Pizza that day and it's not there so that's the only thing is um when you do it in-house you have a lot more control over it but you also said I think earlier maybe not that this Domino's Pizza is different than what we would walk up and get on our own right extremely different yes they they have a school recipe just for us they Order special dough that's whole grain it's it's not even their same recipe that you could buy from their stores he had a problem with them being late I mean more than one problem I have some principals who have told me if you ever have Domino's here again like that I mean it's bad they their problem was um they couldn't keep up with the volume so they're already doing tons of pizzas for our high schools and Junior highs you add in 26 elementaries they just can't keep up and so what they said is it has to be on a Tuesday so now we have pizza on Friday when they want it but we were doing it on Tuesday because that was Domino's lightest day and they still couldn't make it so it was one of those things where you say you know we're making a hot Choice every day in elementary anyways so it's the same labor for us to do one hot choice and in the secondary they're doing so many choices that it's easier for them to get it delivered and easier for us to just make it an elementary for example Harris like Mr Roth never wants dominoes again because too many times he was sitting there looking at the kids and there was no pizza so now in all fairness we've had a tough couple of years here in Gilbert public schools with Staffing shortages and supply chain shortages that hit our private Enterprises out there as well so yeah they did we ran into this when we had Taco Bell at the elementary and I taught fourth grade we were last lunch and nine times out of ten we had Taco Bell day there were no burritos for the kids yeah yeah the menu home and they Circle the days they want to buy lunch and so they already know it's nachos I'm looking forward to it and if they get there and that's not what you have it's very disappointing to them so they really get their hearts set on it so we don't want to disappoint them we want it to be predictable for them and on time and there is a set schedule in school you don't just say well let's hold lunch for a while you just can't it gets really hard now that once you make a choice on a particular item for the year are you stuck with that item for the entire year or are there points in time when you can change out let's say looks at one pizza company to another at mid-year can you do that so if you have a really big reason and you've already diverted some cheese pounds you could just switch or we could say you know what this means enough to us that we will pay retail and we will switch off and we'll have carryover we can also write the state so this is what happened during covid is we couldn't get our burger patties and we had diverted 55 000 pounds of beef to a company in California and they're they weren't making any and so we had to write first the Ade and they couldn't really help us too much so then we went ahead and went National with it and I said they're holding our pounds hostage I want them back and we were able to get them sent to so did you understand that concept of holding diverting pounds so this is all about the commodity conversation so now they want to explain that a little bit regarding how the Commodities are used are we still using Commodities from the USDA yes that what that is as a participating district for national school lunch program we get the Commodities every year it's based off our participation every October and this last year we got close to 900 000 dollars to use on commodity pounds so it's a lot and it just brings your price down so let's say a case of these are not real numbers I'm just gonna make this up let's say a case of orange chicken would be a hundred and six dollars and instead we pay like 87.
