so I just wanted to throw that out there and at least wanted the community to hear that it's something that we're aware of and I mean these are broadcast on VA TV so it is accessible at a later date but I just wanted to throw out there if that was something that was of interest to anyone else on the board if it's not I don't have any problem keeping the schedule as presented interested in moving it but okay just for my own personal schedule but it's a good observation yeah from my perspective I'd like to figure out how we can make that something that can happen whether that's maybe special meeting nights or we figure out if there's ways we can adjust as we move forward to be able to integrate us you know and allow people to participate or have them participate in some of our meetings occasionally so I think that's something we need to look at as we move forward I would not sure we could do it tonight curious to know how many people watch it at other times and I know Holly that can be done can't it not um on television but when but on the food put them on the on the website yeah they're up on YouTube yeah and that people do watch that yes they do oh yeah hundreds hundreds five no we're usually no but they're I mean so does that mean people aren't attending because they can't so they watch or it's just convenient so people watch probably a little both I think it's both so I like the idea of just for more interaction between us and the other groups that was my other thighs yeah you would have an opportunity to attend some of their meetings on the Craig was saying vice versa so that's why I wanted to bring it to the board's attention special meetings and senate hours notice it can be done I think that's a good mechanism potentially that you can explore right we have to vote on that I would entertain a motion to approve the times and dates for the regular meetings as presented so much second again kilburg kilburg okay moved by kilburg second by lack um all in favor any opposed paid motion passes and we're allowed to do for the new board members the president is allowed to call just all in favor that type of vote without calling everybody's name unless it's something Financial or some of the bigger votes will go individually but in some of those routines you'll just hear the all in favor and you just say yes or no so nice job and then there isn't a closed session tonight and so the last thing that we do traditionally is Administration and board comments so do you want to I'll start because I'm first on the line yeah I'll let you go and then yeah I'll call names afterwards yeah I would just like to on behalf of the entire staff as superintendent sometimes I get to speak for the staff and I want to welcome all of you and thank you for this commitment that you've um decided that you're willing to take and I hope that you ask me and the fellow board your fellow board members lots and lots of questions there's no question that's too small too silly so please reach out to us a lot because we need you to we need to bring you up to speed so that we can continue to just run and we don't have to pause and um the transition will be better for kids if we can just all get up to speed so if you're afraid to ask a question don't be um you're gonna you're you can ask any of us questions um and then also the board president will be calling you and talking to you about mentorship so you'll have a mentor that's assigned that would be like your go-to person but I know that these people would answer any questions and so would I so um welcome and we really look forward to working with you thank you next on our list are you okay we throwing you right up in there um yep so first of all just thank you to the community for giving me this opportunity I don't take this responsibility lightly I'm going to do my best to represent the students the teachers the support staff and the community as best as I can and I look forward to working with the entire board here and uh let's get let's get some stuff done Raquel so just just thanks to all for their time of volunteering and a dedication to the board and thanks to the community uh for electing us three um I know we all try our best to listen to everyone boys concerns and so forth and also to the current board I look forward to working with you all to make BPS a top tier District and as I look at this board I'm glad that we have some representation so thank you Mr kilburg all right so I have a few more marks prepared I feel like it talked way too much tonight but I'll try to be brief but Kathy touched on a couple of these things but I usually like to end with some recognition and there is a lot to celebrate so just in like the last four or five days uh WGN TV did recognize Batavia as a top 25 sports program throughout the entire state if you go to wgen tv.com and type invest high schools for Sports in Illinois Batavia will come up there there's a lot of parameters they used to determine that but we're very proud of that Kathy also mentioned our music program got recognized so there's a foundation called The NAMM Foundation n-a-m-m it's a national Foundation Foundation that advances active participation in music Across the lifespan by supporting scientific research philanthropic giving and public service and Batavia was one of 830 districts recognized throughout the entire country for other outstanding supportive music program so we should be very proud of that and then just today I was on Twitter and I saw that the women's varsity basketball coach Kevin Jensen was recognized as by his peers in the Illinois basketball coaches association is one of 57 winners recognized as a 2022-2023 high school coach of the year so congratulations to Kevin and the girls and the staff and then finally oh I always do like to thank everybody at every meeting who attends everybody who's here to the end I appreciate that everybody who sends us an email again thank you for your participation in that and uh two other things as far as we talked a lot about volunteerism and we've got uh two examples of probably volunteerism at their best next week we have prom and uh you know that takes a ton of volunteers to make sure that our kids can have a safe and fun evening it's stressful for parents it's stressful for administrators we just want to make sure everybody comes out of it uh with a good experience I want to thank all those volunteers and then we have teacher appreciation next week and I know a lot of our community is going to reach out and do a lot of different types of events at the schools to show their appreciation for the teachers when they work they do so I want to thank everybody who's going to do that and show our love to our teachers they deserve it and and then finally I just want to say we are on the stretch Run next time we meet we're going to be talking about commencement which is uh emotional I have a junior so next year I'll probably be crying when I talk about this but um to our new board members I got my first chance to participate and it really is sort of not that you need validation but when you're up on that stage and you hear those students speaks and you feel the energy and the pride of those parents it's it's an emotional experience for everybody so I look forward to that but I will say we're just going to take it one day at a time and enjoy the rest of the steps in this journey because that day will come very soon so Sue I'd just like to congratulate the new board members and welcome enjoy that's about it yeah welcome to the new board members I really appreciate that you are all you know servicing the community this way it was really great to see seven contestants and the last race so congratulations on it um and also I've been just thinking a lot about the high school kids that we've got problem coming up and then graduation so for any student that's in their last month I hope you all enjoy I hope they all enjoy their last month of school here because I know it's going to be really memorable for them um definitely sitting with a lot of gratitude thank you so much for the outgoing board members for all of the work and for everyone here you guys Lisa and the board you guys have been a lot of help already and I know you mean it when you say ask us any questions and I really appreciate that it's it's a lot um to kind of take in at once so it's been really helpful um you know I'm definitely ready for this opportunity and to serve the community I think our Batavia spoke really loudly like we're ready for some representation for a little bit more diversity and we don't represent every group that's out there but I can say with confidence I feel that we're going to do everything that we can um to serve the entire community and really make sure that every voice is thought about when we're making decisions and having conversations um that's something I look forward to Growing with you guys and um I really think that um we're going to be able to make some changes together with all of our diverse backgrounds whether it be our cultural backgrounds um you know educational or professional so we have a lot to bring to the table it's really exciting and I guess the last piece that I just want to have gratitude towards is are working at the school for a little bit of time it was completely different than volunteering the PTO or helping the classroom I really got a chance to you know work alongside some amazing people and like this last month is going to be insane so I just really want to say thank you to all of our staff for the push through we see you we appreciate you we love you and um it was amazing to work with the students too so I'm really excited to be on this side of things with them in mind so yeah I'm just a lot a lot to take in but a lot of gratitude as as for president I get to go last which may have been a thinly failed attempt to get me to not talk much but it's not going to work Jared uh no I'm just there yeah I'm just gonna say a couple of things um one the um really I want to be stuck with a couple things I'm as everybody was kind of giving speeches for or about our exiting board members you know usually I get a chance to kind of fill my cup as they say when we hear all the kids talk about the things they do but today really for me today while the kids are doing good things and I'll get to that in a minute just hearing everybody talk about it and remind everybody about their kind of passions and what they learned and what they what they achieved why they were here is amazing and one thing that as I've kind of talked to the new board members over the week while I'm getting to know you guys there's still little seeds and kernels that I see in each one of you that are kind of like filling that void here you know so that there's people that had passions for things and I see that in one of you or an excitement for things and I see that in one of you so I you know we are new people but I think there's going to be really good opportunities here and I think we have every opportunity to see that moment and kind of Bring It Forward um one of those things I was going to remark on because as a professional person in the design profession um to be able to see that we have two instances today that that our abilities to provide programs for kids to be able to interact with professionals and to do the work they do that when you were looking at it and this is I when I was in school I I interviewed kids for going into architecture and design school as a big d right graphic design landscape architecture everything else what I'm seeing that I remember seeing those kids almost 30 years ago were doing compared to what we're seeing here is amazing and I would not know as a person who sees professional graphic design work all the time that those done were done by high schoolers it's that good so congratulations to you more importantly congratulations to those kids they worked hard for it I've been there I know how it works and the fact that we gave them opportunities to kind of Reach Out is even better so good job and then lastly to our retiring teachers um one thing that struck me my kids went to Grace McWane and they did not have an opportunity to be in Barb Spence's class but I want to let all of these teachers know that you know while my kids weren't in there because of the collaboration and how they worked together and all those teachers their presence was felt even though those kids weren't in their class and that's one of the things I took out of Grace mcquain for my kids as they left so with that I am going to do one thing and say nothing about marching band this week so [Laughter] yeah that's the thing and I'll wait to next week to cry because I have that kid that's graduating so thank you everyone and as Lisa said there's no closed session today so we will be um I would entertain a motion to adjourn so moved second was moved by lock second by Mathis thank you everyone we have to all in favor motion passes meeting is adjourned right

[Music] number two here it is here it's gonna get it's gonna get picked up by Addie Jordan it flips out of her stick she picks it up again she turns she looks she fires the Kennedy Marino mourinho's got it fires it up to number nine Miana Calabrese moving down Megan morno not sure what she's doing over there behind the goal could have been in front of the goal would have had one she looks she sees Thompson and Thompson fires one a great left-handed shot sidearm and another post down that doesn't go in good look right there good opportunity good shot by Thompson just didn't go in two great shots in the crossbar yeah you know it was easily could be 9-1 easily if not more [Music] okay gonna get a shooting space violation before the little big shot so she's gonna get herself she's gonna get herself an eight meter shot you know there's one of the differences dealing between college lacrosse and High School lacrosse and high school across it's an eight meter in college lacrosse if there's a good goal right there bottom right show good group I really Kane got in there nice and tight college lacrosse a simultaneous whistles by Lily Payne [Music] foreign taking a draw here Ali Thompson to the left and a Mourinho to the right fog goes up it's going to be a jump right into more no stick up number nine Calabrese has it in case it has it she moves left over to Thompson Thompson Jordan Jordan's looking forward here she wants the senior wants a shot she hasn't had one yet in the first she had some spectacular passes but she was really looking for a shot there oh she's got her and she's got her and a great Save Right There [Music] I'm not sure that was a penalty but you know when you slip and fall it's easier call for the referee to call it on the other team there is a swing oh boy four three two one zero so that's why folks you saw kind of that rushed later at the end of the first half time was running out so we were trying to get the ball down by the goals halftime seven two East Longmeadow we're gonna take a little bit of a long intermission here as you're gonna see the youth the little laxators of Eastlawn metal coming out of the field to play a little game get a little excitement get themselves on the high school field and really get the experience of what it's going to be like for them a couple years down the road as they are going to be the players taking on miniature get an experience here on the high school field enjoy the halftime show on me okay and we are back to the second half we're all about to start had a great intermission morno on the draw control here we go ball gets flipped Mourinho gonna pick it up it looks like yes she does and she was going on bringing in the offensive zone and we'll see here oh Morna with a little sidearm catcher oh boy here we go that looks like a hammer to the wrist kind of shaking it off 15 seconds into this game and we are getting our first eight meter let's see if she looks like she's gonna run this one in going she's got firing shots one in one wide let's see what happens right here he tries to bounce that one and misses it another eight-figure Miss by morno but backed up nicely oh Hammer into the back of the case you heard that thing goes out of bounds a great powerful shot there by Andy Jordan coming flying in over the top two opportunities already with less than a minute gone in the first got it comes over here all a good intercepted pass right there almost great pickup all there that was gonna be an interesting play they are numbered not sure they'll have that one it looked like Macarena it was a good attempt right there added Jordan I think was on the pass I will say this it's nice to see Jamie Sarah solo back in the game after that he died that she took with over two or three minutes to go in the first half number 11 Lily Kane flying through the middle of the field a little soft penalty they flip it up right there and I'm going to charge has control of the ball in the offensive zone Dylan what did you think at a halftime show here before minitron sets up its office with all the little kids out there running around oh what move down there oh that's a really tough call I think right there I mean it's probably the appropriate call the referees usually do get it right but we're gonna have number six here's gonna look look oh a really powerful shot down for the right hand number six Palin [Music] ninja gold by Kaylin Sarasota I am guessing is the sister of younger sister James haven't had the opportunity to watch her play other sports here in western Mass but judging by that shot clearly a very good athlete that had a lot of power on it for the bottom left-hand corner and it looks like it scored might be seven to three as minnetonk gets the first goal of the second half morono grabbing that one she passes it up gets the ball control Ali Thompson really showing her speed passes it up to Bridget Jordan Bridget Jordan Addie Jordan Matt is going to be fired and we are going to get ourselves a short space you're gonna get a chance here to give East Longmeadow that five goal lead that it had at halftime let's see what happens 22 minutes and 18 seconds she runs it in in another great save by the goaltender it's Megan morno pressuring gonna be forced to go back behind another really good save right there by the by the miniature goalie they've got her pinned they've got her pinned their formal chatter fin they did yeah Isabel Manning doing a good job beating the defense passes out of it over to number two general to three they bring it up here number two is really running she is using her speed which she clearly has a lot of brings it minitron is going to set up its offense here from behind the cage but an Aaron pass ball goes out of bounds on a pass so that means regardless of who's closest to the line that it is going to be the East Longmeadow ball and attack running right there she grabs it passes it to Thompson Thompson to Mourinho Carino's gonna use her speed here Lily Kane also fast but Marino just jetting down the right hand side brings into the offensive zone passes it over Jordan and Jordan can have a shooting space violation right there your Bridget Jordan who's been looking for an opportunity to shoot all night is going to get her a chance here on the eight meter and I am going to predict that she puts this one home with 20 minutes and 45 seconds to go and my prediction comes through the experience that Jordan puts in what did you think of that shot they're doing great shot or stick it held it up high shot it down low a little bit of a bouncer in there but it was really predictable you can see Bridget Jordan has been playing a great game tonight with a number of assists really playing great lacrosse the speed and all likelihood last game against the crosstown rival minnetrog and it's great to see her playing a great game Megan morno on the draw here ball doesn't really get up I'm not sure here what happens there's oh boy that was a little bit hard pass there the ball's bouncing around and it gets picked up by Megan morno who is running down looks like they're going to set up their offense here she's spinning double teams back to Kennedy Jordan over her location yeah you saw him guys doing a great job [Music] we got the minute talk then shot that's really straight daddy Jordan got all blue between two people kept the stick up high shot the ball down low cool East Longmeadow 20 minutes ago by Addie Jordan what did you think of the dodging there Dylan it was awesome it was awesome I mean these kids don't know what a phone booth was but it looked like she was moving around there in a phone booth with two or three people around her absolutely and she figured her way to get out of that phone booth and still keep the ball and shoot it down a little corn that off gives them a six goal lead ball flying or no getting it she wants it tumbles on the ground no foul called there and now they call a penalty on somebody it looks like it's going to be miniature ball they win the draw control they're going to get it number six gets it passes it back to number 34 number 34 back to number six Mourinho was right on her Jordan back checking that'll be there it looks like Donald Trump's gonna get it in the offensive zone and set up their offense number 10 right here and on another passport this is what you're seeing like I saw before [Music] the ground balls what are you seeing here today for miniature uh they're not getting it but I think Eastland metals and here it is again right another another turnover right there Bridget Jordan does a good job getting into one of their faster players in a tough pass there but great catch by Thompson back to Jordan they're in the offensive zone they are moving morno's got if she's gonna pass it up she passes it over to Lucas Lucchesi you can see it from here maybe you can't see it on the elk Cafe deal that shot was open and she knew it was backed up so why not fire it away good pass there Addie Jordan just trying to get through there but this time the phone booth got a little too tight for her and East Longmeadow I mean miniature gets the turnover but the Jordan's credit look at the back checking after losing the ball you got to have a lot of respect without flying back down she gets all for the penalty but still you gotta love that fact checking today has it passes it up [Music] number 11 Lily Kane dodging away [Music] I call Lily Kane the left-footed lacrosse player because her left Fusion there's a there is a speedy move right there clocking Swan Meadow with some good dodging there caught them in a shooting space violation number six is going to get an opportunity here to drive this one home and give them others really what a great shot there last time on the eight leader she goes down low this time she goes high right Kailyn carrasulo really picking up the slack here for miniature yeah it's a tough one it's an offset side really really difficult spot for a goalie to save it when they put it up there Kaley carasulo with her second goal of the game I believe 9-4 East Longmeadow 17 minutes and 27 seconds remaining on the draw Thompson to the left Mourinho to the right I gotta think minitron started to get a little confidence here uh we're closing the Gap a little bit [Music] picks up the bra she is moving down she passes it over she's got it Bridget Jordan has it just a little bit late on that Passover you know they had a good play there was really set up not sure who's cutting across maybe that was Bridget Jordan Addie Jordan it was really close a good look maybe it was me on a Calabrese we couldn't tell from here but a good look by Bridget Jordan has really been right on the spot tonight with the passing almost got it [Music] good defense right there by not sure who that was Ali Thompson a lot of bounds being chased it's on the ground foreign good play to move it backwards oh good pass there don't be afraid to go backwards here ladies there you go here we go here we go the value of Weiss has it taking your time flips it over 16 minutes remaining nine fours Dylan what if what have you seen here in the second half do you think might be the difference if anything from the first half um confidence running right now in a you know they can get the next goalie it could be a game tend to agree you can see coach Moses over there she really had something that she wanted to tell the players they are listening intently to her instructions with 16 minutes remaining minute chart looks like they're in a circle over there if they held hands they'd be doing Ring Around the Rosie Kevin McGee our athletic director down there trying to work the referee over for some extra calls which is great see Liza also has been coaching away everybody listening Easton metal been having a great season minutog a little bit of an up and down season along the way here they've got some good wins they've had some tough losses they've got some close games really trying to turn things around as we get closer to the end of the season with playoffs coming in less than probably three weeks away you really want to be peeking at the time of Western Mass playoffs right now it looks like there's three ears here in western Mass while Meadow seems to be so far in a league of its own East Longmeadow a distant second but also has better to leave in the Drone and then after that it's really just been the Wild Wild West West Springfield minnetonk Agawam Westfield all very equal on any given day any one of the Agawam any one of those teams could be the other one the games that they've played have all been close so let's see here what can what's going to happen looks like Megan morno is going to start with the ball in case they applied any pressure they were gonna let they were going to have her user speed which they're going to do here she's going to fly down the sidelines Lily Kane gives a little bit of Chase certainly capable of keeping up with worn out porno boom good try there the look was there if kids picked up a little bit of a follow [Music] the pass from Calabrese heading to Jordan looked like it was going to work but it got intercepted eight meter opportunity here using the speed zero chance there for the goalie takes a quick three-steper four-stepper five stepper and boom bottom right CornerStone Medical by Kenna Marino [Applause] a very good goal and it uh minitrog in a real tough place right now [Music] yeah Mourinho has been great all season on the eight meters I think she's had a very high degree of success on though she's been very good on the draw very good on the ride a great addition to this team she's really improved her game since last year morno again on the draw this one runs it's going to be a race and morno kind of picks it up and she does she moves it up this is going to be an Addie Jordan Fireball oh good opportunity there for trulio to get her fourth or fifth goal of the game she should have fired that one I think high to low and she fired it instead sidearming went a little bit over the goal but a really good look and a really good shot and a really good spot she was in in order to give an opportunity Jordan there really moving fast and through and dodging her way with the power gets herself an eight meter 14 minutes and 55 seconds remaining I'm expecting this one to hit the back of the net and watch it rattle it back out so that they set up their offense you can see coach Moses down there calling the flakes wants them to take their time move it around give everybody a look and they're doing that right now I'm gonna move it down it's gonna go to Bridget Jordan the senior who brings it back out in case it sets a little bit of a peck over tomorrow top of the key she's looking for a putter looking for a cutter over to Mourinho got the ponytail flying the back almost covering up her hole number one it goes right in Carolina case have almost had it shot goes over the goal Bridget Jordan senior there to back it up Bruno's got it behind she likes this move here I think she's going to try to score she gets double triple team does the right thing passes it out to Julio Julio over to Jordan does a couple of pump fakes adhere to Thompson k6 moving Borno sets a little bit of a screen little face Dodge there morno grabbed it she's got an opening here it looks like she's got an opening it doesn't take it passes it back from the basic in case it's got it was it over tomorrow here it is oh the good coverage there on the cutter like number portfolio is trying to make her way through when I was holding it she's looking for a pass Outlet nobody there moves continuing to move still looking for a putter not anybody there still holding the ball they really set it up Addie Jordan's got it at the top Richard Jordan's trying to set a pick here tries it they move her they move her moving your left moving to a right setting up a re-dodge swings it back over to Bridget Jordan it was set up there for a while moving behind the net she's looking nothing there nothing there double covered passes it out good back up there by Addie Jordan really good defense here so far by miniature they are really playing great defense this is high level defense she's coming in that's gonna be a check to the Head you know I will say you think I was going to say that uh they're doing what they have to do with a six-point lead their control in the ball and taking a lot of time off the clock leaving a lot of holes in advance for any of the high quality offensive players for East Longmeadow to do anything you saw a lot of cutting people looking Cutters looking for passes saw Addie Jordan and Megan Toro both looking to take players on one-on-one and they were getting double teamed so just very solid defense by miniature I've got to give them a lot of credit and credit these fundamental for holding the ball yeah he's long metal took uh over two minutes off the clock on that possession they keep doing that the clock is draw control Megan morno bringing in the offensive zone again move there not really quite sure about that particular pass from that angle great back though getting chased down covered greatly there really good double team defense out to trulio East Longmeadow not having nearly the same level of success maintaining possession of the ball that they did that they did before but Laurel picks it up she's going to look to fire this one take some time brings it around the goal looks like she's gonna pass that one out and she does the Thompson who just drives into the bottom and that really good pass they are good it's wide open in the middle and she put it in the back of the neck good job number 23 Ally Thompson oh yeah I I do um I also believe that with each one little house it's going to be almost impossible to come back yeah I agree it's going to be a challenge clearly you know for Easton metal the player of the game has been um has been Sarah sulo uh this is I believe the sophomore sarasulo um really having a great game oh that's a little bit of a hard Shack that could potentially get you a yellow card and it does mourno with a hard high check to the back she's gonna spend a little time in the yellow chair s had to find their way yeah coach is over there talking about on the sidelines about exactly how she did that check it was just a little bit too straight across and a little bit too high and a little bit too hard and uh they're gonna get a little too many Advantage here [Music] moving the ball well moving it quickly they've got it in the middle oh yeah now see this is what I will say great save there not a great shot with a small Meadow needs to just maintain possession they don't need to do anything crazy but they need to maintain possession of the ball ride out this clock until they can get back to you thank you it's something that I know all right at least I have seen coach harp on from the sidelines and it looks like that's what they are going to do they've really spread out the offense great catch there by Bridget Jordan a little bit of a low pass you can pick up there by Mourinho back to the senior Jordan they're starting to double Here Nissan medals in a little bit of a jam [Music] and they keep it cool tough pass there well again senior Bridget Jordan a little wider Jordan's got it got it back to trulio Trio kind of drops it either drops it kind of picks it up not sure what's happening here it's like a scrum of all times they dive on the ground [Music] looks like number 22 is back up and running race Howard a very aggressive defensive player [Music] oh balls bouncing ball's still bouncing [Music] back in the field they're back keeping strength so all in all I would say that they did a good job kind of riding out that woman down it's the second yellow card Zone pretty slow metal they got to be a little careful last game they had so many yellow cards they actually ended up with two women down for an extremely long team 19 20 minutes what that was actually an interesting pass right there I thought it was going to be intercepted but it ended up being perfect oh what a play by Jenna Hawley the goalie she had two people right out in front wide open if she hadn't turned around that would have been a goal for sure passes it up morno gets it fires it up fires it up to Calabrese Calabrese over a little bit of a layer and pass there but look at that play picked up by number three Carolina using her speed to get it setting it up they're spreading wide minnetonk trying to apply some pressure defense that's not a great pass right there nobody was open there was nobody there for that when it was fully covered Calabrese tried to fire it in there and sneak it in there couldn't get it through minutog intercepts and now they're in transition that's more spectacular speed here comes Sarah Sewell they're going to cover her to the right they're going to cover her to the right for sure they're not going to warn Megan morno knows oh there's a good pass other way oh a good opportunity inside which she likes she just fires that they've now got the ball let's see what happens they're gonna run it wide [Music] running it out gonna maybe get it nope Doug looks for Holly saw Lily Kane looking to have the interception intercepted there got the stick in the way great oh Grace Howard that's a hip check we might see that tonight in the Bruins game yes I was gonna ask for prediction there Kathy oh I think the Brewers are going to take him tonight I think they're going to take it down they're going to win the series four one and I'm just going to move on to the next level I think regardless of which team you're rooting for tonight whether it be East Longmeadow or whether it be minneton whoever's watching this live stream from all across western Mass and all across the regionalized right take our time Megan morno's got it she turns around she's gonna she's getting chased from behind she's moving left continuing the Run coming after her she's still running she's still going she's still firing she tried to pass it to Bridget Jordan behind no good oh right now score is 12 to four six minutes remaining in the game Lily Kane just absolutely flying down the field she had dodged her way through two or three Defenders and then just ran up into one more pulls it back out minnichunk got the ball down the right hand side good play there Sarah sulo had it Jamie sarasulo fired it a little bit High didn't have a lot on that one backed up by minitar they still have the ball behind the goal and this is technology 1064. hey Vivian um I have one last question because I'm just for some reason uh I'm just noticing that each one of your strategies has a pattern in the sense of um although it's separated by students family staff and the community they all entail transparency and communication is there a reason in behind the fact that you guys chose transparency and communication in each one of those four strategies like I would like to know is it based on data that you have uh come to terms that that is something that we're lacking so yes and the those different core strategies Encompass and support the overarching goal and then it all kind of goes back to that question 21 where we're really struggling to be transparent and communicating effectively as an administrative team as a governing body with staff students families and just trying to get a handle on the policies and procedures that we have in place because we have those in place for reasons and we need to be following through with all of that and having that clear expectation set for all of those stakeholders is extremely important and is being asked of the administrative team and the school committee by the various stakeholders any other questions thank you very much I just want to emphasize one thing that this is one Focus area of nine so each Focus area has an enormous amount of work in itself that we've that's being focused on so you know at the end of you know the work and moving forward over the next five years you'll see that there is a lot of work to be done in the nine areas and uh and a lot some of that works actually the foundation for this work has already started with some of the school Improvement plan we've done this year some of the work we've done in the past a set of foundation for where we're trying to go over the next five years and we've made some great progress in the past but I think planning over five years where we want to be if we can accomplish a lot of that then I feel like we're going to be a much better school all around and the other thing that this initiative was brought together to staff I've had lots of comments from the staff that they feel it's helped bringing the staff together in terms of collaboration working together and they feel like they're having some voice in the school which they're thrilled about so that's been a bit it's been a good process so far good thank you very much for coming I would ask the committee members I would ask the committee members if you do plan on attending next Tuesday to give the superintendent's office the heads up so they can make sure that they have all the necessary documentation and paperwork for you okay very good here's one heads up so please if you could I would make it a lot easier thank you very much okay Joe accept the motion to accept the minutes from April 11th foreign discussion all those in favor anyone opposed Mr DeStefano could we have a oh I'm sorry I didn't know what's with the minutes what do you need good 70 661.18 less uh payroll on April 13th of a million thirteen nine thirty two twenty four uh less warrant number 38 on April 11th of 756 9 22 34 and warrant number 39 on April 13th on 9800 leaves us with the book balance on April 18th 2023 of 333 585 spot 69 with a corresponding bank balance on the same day of a one million 143 807 spot 51.

that's better than the 800 to 1 that was originally proposed but it's far higher than the 250 to 1 which are the national standards for state for uh counselors thank you very much for indulging me I'm sorry I went over Dominique Perez pretty good evening Dr Beau Board of Education members cabinet and attendees I am Dominique Perez counselor at Slauson Middle School I'm here today to share with everyone the amount of work and dedication it takes to work with students that are struggling academically it is definitely a labor of love when working with dnf students there are so many factors to consider such as is the work too hard is a student lacking motivation does a student struggle with self-confidence is the student struggling with their own Mental Health these are just a few of the many questions that go through our mind and our job as a counselor is to help support them regardless of the reason we help them create next steps on their academic Journey but it's never an easy Road and there's never just one solution in most cases it takes the counselor being consistent which includes following through on a regular basis it takes many meetings to develop their trust which will include working lunches and after school tutoring ssts parents meetings referrals for counseling and so much more and even with all this time and effort we may not see results right away so we get back at it we are constantly there to catch them or to praise them when they do well what I've learned in my years as a counselor is the most effective way to reach a student is to develop a trusting relationship with them you can only hold them accountable as long as they know you truly care and they and that takes time so it's imperative that our caseloads not increase but rather decrease so we can provide this high quality of care to all our struggling students one of azusa's USD core values is being student centered and if we truly believe in meeting that core value we should support all our students and that can only happen with smaller case loads as well as our counseling team working together to provide the best service for them thank you next we have Cindy Crawford good evening I am my name is Cindy Crawford I am currently the Apex teacher at ghs and this is a high school in a time when other districts are adding counselors at not only the middle and high school level but also at the elementary school level Azusa unified is considering reducing the counselor support our students receive I'm here to ask that as a part of the reorganization of Azusa Unified School District that you also take some time to convene a meeting with all district counselors and board members everybody who's a part of making the decision not separate but together as one as a unit to determine the appropriate student to counselor ratio that will most effectively serve our student population in addition I also believe a clear delineation of appropriate roles and responsibilities of counselors that align with aska guidelines is long overdue in our district in order to effectively move our students towards graduation I must be in constant communication with counselors unfortunately there are many times when it is impossible because counselors are tied up in meetings for IEPs ssts 504s class coverage suspension detention I mean supervision detention and the most serious of all student a student in crisis when a student is in crisis it takes the counselor out the whole day when you have sometimes two three in one day you're out you have no counselors and that happens more than you think since covet our student population is not the same as it was five years ago our students need more social and emotional support and the number of students with special needs has increased resulting in increase in meetings there are many times when it takes more than 48 hours for a counselor and I to have the time to discuss the next steps for a student who's in danger of not graduating what is the next plan because I have some of the most vulnerable students they're the students that are in danger of not graduating the ones that have several credits to recover and after they finish a class we have to have time to see what is the next class that's more suitable what is the plan many of these times these things happen these discussions this is not with the student I mean the counselor is not willing to take the time to speak to me but because they have no time um as I said working with students who are inquiring recovery they can't afford a delay to start their next class the road to graduation takes many twists and turns for our students and they must have daily access to their counselor for more than five minutes likewise our counselors must have reasonable student to counselor ratios so that each student is afforded quality time to address their individual needs thank you for your time and consideration and please take the time to read the handouts I provided with you let's not continue to weigh such valuable resources as our counselors on class coverage for supervision when they could be using that time to support our most valuable student or most vulnerable students I left this with you thank you Miss Crawford thank you Miss conference speaker Vargas noches my name is foreign positive gracias noches Pedro Palacios Mr Ortega is organizations foreign Elementary foreign Boards of Education members cabinet members of the audience I am a senior at Gladstone High School and I'm here for the case of the cutoff of the counselors take it from me I've seen the consequences of putting both Azusa High School and Gladstone together I was there in the first game that we had with our bribery school and that was a complete disaster I can't imagine how the freshmen the sophomore this Juniors feel about having both schools being collided into one and the problems that's going to have having more counselors is needed for this situation I work as a TA for Gladstone High School's guidance um during fifth period I'm there with Miss Calderon and Mr Leon during that time period And I see that they have a lot of work every day when a student comes in worrying about a problem they dedicate their day to that student as Ms Crawford said she's also worried about the seniors that need like more credits to graduate when she needs to be in touch with Miss Calderon or Miss de Leon they're not available because they have other students to worry about yes we need more counselors because as our schools are being collided there's going to be more problems more suspensions more fights more I don't know bad things are going to happen probably and I'm asking you guys to reconsider your decisions of cutting off counselors because counselors as um Miss Vargas said they're like a second mother Miss de Leon Miss Calderon like a second mother to me I can come to them when I have a problem they're like there for me and um taking in consideration that both schools are being collided there's gonna need to be more counselors and I like to thank you for the time thank you Nicole laface good evening ladies and gentlemen tonight I want to share with you an inspiring story of how my son with ADHD overcame his struggles thanks to his high school counselor my son was diagnosed with ADHD at a young age as he Grew Older he began to struggle more and more in school he found it difficult to focus stay organized and manage his time effectively despite his intelligence and potential he was falling behind in classes and becoming increasingly frustrated and discouraged it was at this point that we reached out to his high school counselor for help from the very beginning the counselor was supportive compassionate and understanding she recognized that my son's challenges were not due to lack of effort or intelligence but rather to a neurological difference that came with ADHD with the counselor's guidance my son learned a range of strategies for managing his symptoms he learned how to break down tasks into manageable chunks use visual aids to stay organized and set realistic goals for himself he also learned how to advocate for himself and to communicate his needs to his teachers and peers the counselor worked closely with my son's teachers to develop and accommodate and modifications that would help him succeed in the classroom she also connected us with outside resources such as tutors and support groups that could provide additional assistance and guidance the impact that this counselor has had on my son's life has been truly remarkable with her support he was able to turn his academic performance around he went from straight F's to Straight A's he now wants to attend college and to pursue a successful career in a field of his choice I am so grateful for the role that this counselor has paid in my son's life she not only provided him with strategies and accommodations that he needed to succeed academically but she also helped him build the confidence and self-esteem that he needed to thrive I stand before you today to address a grave concern that affects our educational system the issue at hand is the proposed cuts to the high school counselor's jobs I want to emphasize that cutting these jobs is a terrible idea and I will have negative and it will have negative consequences that will affect our students schools and community high school counselors play a crucial role in our students academic and personal success that guide students in choosing their classes provide career advice and help negative help them navigate the college application process counselors also address mental health concerns and provide support to students dealing with emotional and personal issues without counselors students may feel lost unsupported and may not receive the necessary guidance to make informed decisions about the future moreover the school counselors provide a valuable resource for parents and teachers they serve as Liaisons between parents teachers and students assuring that everyone is on the same page and the students needs are met counselors provide parents with guidance on how to support their children academic success and help teachers understand the unique challenges that students May face by cutting these positions we are losing an essential and essential resource that is integral to the functioning of our schools I believe that high school counselors are some of the most valuable and unappreciated resources please don't cut them thank you Griselda Berry good evening and thank you for the opportunity to speak in support of counselors in our district my name is Griselda Berry and I'm a middle school teacher at Foothill I'm here because I have seen over my 26 years in the district how hard counselors work two main things stand out as their priorities one is building relationships with students and the other is supporting academic progress I'd like to share two ways that our counselor Mr Steve Scott has demonstrated his passion for students in those two areas with regard to building relationships we had the opportunity to work with the Western Justice Center who asked for volunteers to consider implementing Community circles at our school Mr Scott was very adamant that this would be a valuable opportunity for us to build community and he encouraged us to attend I did so because Mr Scott shows such passion and I knew he would be there to guide me and support me and in this in this implementation the community circles were a huge success at Foothill many students who really didn't feel comfortable talking ever suddenly felt comfortable with the topics we discussed they were light-hearted we laugh we cried sometimes at some things that students shared and we saw the benefit that students were starting to build this community that before you know it led to increased academic success it led to more opportunities for them to seek extra counseling and it just made our school a more positive environment with regard to supporting academic progress Mr Scott has been instrumental in guiding our SST progresses at Foothill many students need ssds and with his ratio currently at about 250 to one we are barely able to squeeze in many ssts that are desperately needed through these ssts parents come together Mr Scott is valuable in helping parents understand that we're all there to support he guides these meetings effectively and from these meetings we've seen tremendous student growth I recently received an email from him as a matter of fact today regretting that he's unable to accommodate more desperate ssts that we need with less counselors opportunities like Community circles and ssts are going to become less and less and many more students will fall through the cracks we need more counselors please look at the ratios that are being suggested please be a leader in our district and show other districts that we value students and we're here to meet all of their needs academic and emotional thank you Perez buenas noches um my name is foreign Crystal Mejia good evening board members and cabinet my name is Crystal Mejia I am a counselor at Azusa High School I have been serving in my room now for eight years in the last two years I have witnessed the increase in students with anxiety and depression increase in substance use and increase in physical violence now more than ever the role of a counselor is so vital for our schools we are the key adults on campus that provide our students and their families with the support they need to navigate these prevalent issues currently Azusa has four counselors and Gladstone High School has two counselors in February we were told by our Union that six counselors would remain at the high school for the upcoming school year maintaining our current caseload this past Friday we were informed that the district is retracting the proposal and having less counselors for next school year any time where our students and families need us than ever before instead of adding additional support our district is deciding to decrease the number of counselors at the school sites which would increase our caseloads our students and families deserve better we need to maintain or decrease our caseloads to allow us to better serve our students thank you Christy Calderon good evening everyone my name is Christy Calderon I am currently a school counselor at Gladstone High School as an employee of the district for almost 22 years I am confident that you will respond to our call to action it takes a village to raise a child this especially holds true at a time when our community is dealing with the vast issues at hand such as lack of basic needs family challenges gang violence and social conflicts to name a few the development of an adolescent is sometimes taken for granted that being said as a counselor I am reminded day in and day out of the things that our high school students go through for example a breakup in the eyes of an adult may come across as cue or a phase however to that young person it can be devastating working through such emotions with students so they learn how to deal with pain hardship and breakups takes time this is just one example of the work we do that may not be considered at the top of our job description however it is just as important in order to support our students through their High through their High School Journey with that being said according to the American School Counselors Association the recommended student to school counselor ratio is 250 to 1.

so I have a question for you Sarah so with what you have what we have in front of us what do you need from us as a board that you're looking for before you can go out and get more feedback from Community students staff whatever you need what are you looking for from us on the Strategic plan if we look at it what what are things that you have questions that you want us to answer for you I think it's what's most exciting like what are you excited about when you see these goals what's the story we'll be able to tell when we hit these goals under the objectives are they the right goals and certainly right here in front of you you're just looking at three of I think 12 that we have to share with you and when you look at the initiatives one of the things we want to do is put these in order of operations what feels most important so I'd love to hear from this group what feels most important to tackle next year which we prioritize for next year and is there something major missing that we need to do first is that helpful absolutely made a mess with this yeah I think we just like we haven't seen these initiatives um until now so like right now I have the recruits retains and supports high quality professionals um so are we picking this one to review and you want us to talk about it these 2017 let me let me clarify them because I made a mess of my packets here there is a long page that actually has if you will consider this a long Excel sheet that cannot be copied in one so the long one is the first page and that should have your board ends because that is the that is the base of anything that we worked on your goals so the goal that you have here is the one that is student achievement every student in R14 school district has access and skills to opportunities that prepare them for success in a post-secondary path of their choosing right because that they have a community and culture you know okay seriously made a mess okay so put that down I'm gonna I'm gonna pass this one which is the actual one okay I know I put two packets of the same together so I made it made a mess just put that away and then uh we're passing this one yes yeah that's awesome I'll pick them up look in the top left box the blue box we all want to start with student achievement got it Adams 14 students experience high quality education okay my secretary gave him all organized to me and uh I cannot even I made a mess we're going to go to student Achievement First yes my so my apologies for that is it here until any time but up to you um so if we have 12 of them how about we get a whole list of them on a Friday update and we go through them and priorities we're not going to do 12 of them today we're gonna do three which are the main ones the others the some of the priorities are under the same goal so we're going to be doing the three main goals aligned to this yes aligned to your goals correct and the 12 the 12 number was the objectives so each each major goal has three or so objectives that's where that number came from got it my apologies I seen our papers all right so um let's go ahead and take a few minutes for you to start digesting starting with the the objectives what excites you um considering a different assessment um in parallel to that you can start looking at the initiatives because of course they need to make sense um to one another and they saw this in the last four years [Music] of course so we're only reading the student achievement one you know and then I think the others were going to get in the frontier please I don't know this one I thought you had slime right here yeah yeah I think right the one we actually clicked on that James that James just shared oh that's on in board docs um um okay we're back um about the strategic planning so members you had a few about 10-15 minutes to look at one of the areas we're going to do one area at a time as I said there's a lot of information here but I will pass it on to to Sarah to guide us through this portion to to hear feedback in you know first thoughts on what you just saw start comments questions okay all right I can know that stuff saying all that stuff so I wanted to draw your attention to the the slides so that you can see how these the we're going to actually look through these different priorities the North Star priority is the one we're starting with and everything else should support students in in making that real for them so this one that we're looking at we felt as the Cadre was the most important for the future of Adams 14.

so note particular last board meeting you approved the purchase of two mckinney-vento special education bands that will utilize all of the remaining sixty five thousand dollars in the transportation line and then the technology and security line that remaining 238 thousand dollars will be used to complete the um the audio visual project some of the other areas that were missed in the in the full project at the first at the outset so that's all that I have on the monthly financials if there's any questions um Ms Ashley Miranda and I are here to field any of those before we go on to the quarterly [Music] board members are there any questions Mr Thompson do you have any questions Miss Wood I I did have one question uh Mrs betz would you just explain why we decided to have a a premium holiday instead of just lowering the monthly cost of the insurance so we kind of know from history especially here in Gilbert public schools that at any point in time we could have a very very bad year and uh and then the result of that would be an extraordinary cost increase in the subsequent Year to all of our employees so by making minimal increases you all approved a two percent increase about a month ago on our premiums going into the past two years it has ranged between one to one and a half percent so we've been able to keep the increases very low and then then when once we get into the year we can see okay if we're having a good year then we are able to award a premium holiday in a subsequent year we've been trying to do that just to manage expectations of our employees and being cognizant of the fact that at any point in time our fund balance could be precipitously drawn down and when you mean a bad year you mean a year where we have more claims insurance claims than we head into yes and you never know when that'll happen that's correct yeah I appreciate that explanation thank you okay then moving forward um the third quarter financials so keep in mind that whenever we present this data to you we are looking at the operating funds all of the funds in that operating grid we are incorporating all of those not just maintenance and operations so I wanted to make sure that that was clear so we always share this expenditures by object pie chart with you again a reminder that over the last five years at least since I've been here our salaries and benefits are always between 80 and 85 percent of our entire entire budget indicating that our business here in Gilbert Public Schools is a business of people and educating students so we need to have high quality teachers and staff to educate our students so then the next grid this is just showing our year to date a year ago in comparison to the current year note that there is a significant increase year over year in the encumbered spent in 2023 in comparison to 2022 remember that a year ago you all approved an adopted budget in July that included bringing up our beginning teacher salary to 52 000 and that was after we you awarded a three percent pay increase and we had seen an infusion of new dollars into Gilbert public schools of about 16 million dollars in mnl from the state legislature's work as well as another two million dollars in unrestricted Capital along with a significant increase in classroom site fund so all of those funds have contributed to our being able to increase our spend to that level in the current year and that's all that I have unless there are any other questions just to note the governor still has not come out with her budget the governor has come out with her budget it's just yeah the legislature has completed their work yet yeah all right thank you any other questions thank you very much we appreciate the Smithson all those who help you with that all right that will take us to the consent agenda items and 8.01 the approval of consent agenda items board members is there a motion I move that we approved the consent agenda items is presented thank you Miss Humphries it's been moved is our second second thank you Mr Jetty it's been moved and seconded that we approve the consent agenda items as presented all those in favor please vote by saying aye aye aye and any opposed with nay thank you that has passed by zero now we'll go to our action items we'll begin with 9.01 the appointment of Ames Singley as the principal of Pioneer Elementary for the 23-24 school year board members is there a motion I move that we have Point aim Singley as the principal of Pioneer Elementary for the 2324 school year thank you Mr Jetty it's been moved is our second nice second thank you Mrs page it's been moved and seconded that we appoint Ames Singley as the principal of Pioneer Elementary for the 23-24 school year um is there any discussion and maybe Dr McCord could you give us a little a little information about this definitely um Ames is coming back to Gilbert Public Schools he was with us previously in I think 2006 2007 school years the dean of students in uh at Highland Junior High and then he went on to become a principal in a couple of different areas and then him and his family made the decision to move to Japan where they've been working on a naval base for their education system and so he's coming back to the United States saw that we had an opening applied and he was the selection from our committee and so we're very excited to have him back um we did a WebEx with him in exact session he's still in Japan so he won't be here this evening but he is watching uh via satellite or whatever is hooking up out there to get this going so um we're very happy to have him back here in Gilbert public schools and look forward to him being a leader in in our school district in board members great see none I will call for the vote all those in favor of approving the appointment of Ames Singley as the principal of Pioneer Elementary for the 23-24 school year please vote by saying aye right and any opposed with me thank you and congratulations to Ames Singley and we look forward to having him back in the states shortly thank you 9.02 the approval of two premium holidays for school year 23-24 Dr McCord thank you madam president governing board members we asked for your approval tonight of two premium holidays for school year 23-24 on February 20th 23 the governing board approved the medical vision and dental insurance rates recommendations for the 2324 plan year which included a two percent medical premium increase the employee benefit trust committee as well as the employee benefit trust board have been monitoring the EBT fund balance and both have formally recommended that due to the health of the fund balance that two medical premium holidays be rewarded on behalf of the district and employees for the 23-24 school year it is anticipated that the premium holidays will be scheduled for pay period around fall break and then the second premium holidays scheduled for around spring break the result of the employee benefit trust will be a decrease in revenue of about 1.3 million for each of these pay periods in which the premium holiday is implemented worst case scenario would be a drawdown of the fund balance by about 2.6 million 1.3 million per holiday decreasing the fund balance from around 23 million down to 20 million an amount well within the parameters of the reserving policy the EBT financial statement from month ended February 2023 has been attached or is included for your review record board members may I have a motion I move that we approved the two premium holidays for the school year 2023 2024.

students continue to deal with societal struggles due to the quarantine where students were limited in interaction with their peers they should be able to come back to a school system that supports the social emotional and academic needs school counselors have been trained and are equipped to work with students in this capacity however it should not be made nearly impossible to school counselors to do this effectively it takes time if our school district provides our school with the adequate amount of school counselors we may be able to deal with all of the situations and students that come our way then our students will be provided the services and supports they need and deserve when you come across a decision regarding the number of school counselors needed at each site please keep in mind that you are not only dealing with the amount of money it costs the district but you are also dealing with the students lives we all contribute to their livelihood I am confident that you will make the best decision for our students provide our schools with the recommended school counselor to student ratio please make students a priority thank you for your time and congratulations Jacob you did it Laura Ortiz okay good evening everyone my name is Laura Ortiz and I am a counselor at Azusa High I have been in the district for about 25 years and have worked with different age groups ranging from elementary to middle and to high school many of you have already heard the world the importance of the role of a counselor throughout my years at Azusa unified the roles have remained the same but the needs of students have increased when I first started at Foothill the ratio was 900 to 1.

I just wanted to um reiterate that during the process of multiple meetings which I unfortunately wasn't enabled I was unable to attend every one of them but I know that my peers here attended had perfect attendance some of them did um which was really nice but this was uh very thoughtfully done so thank you to Sarah and her team they did a fabulous job of making sure that everybody's voice was heard and that they were taking into account what was really coming from the group that was being representative of the community as a whole so I just wanted to put out there that a lot of This was um a lot of the questions you might have were probably some of the questions that were addressed during our hours and hours and hours of work in this room when we were working in the Strategic plan so I just wanted to say thank you again to everybody who participated um for the amount of hours that they did to put this together and um yeah I'm interested in hearing what you guys think once it's all said and done I thought it was well put together and I appreciate the fact that like I said everybody's voice was included and heard and um multiple times did we go back and forth and this is what came from that work so thank you sir okay um so first off I I want to Echo what director Zubia said around um just the work and the time and the effort that was put into this I'm a very visual person and so I appreciate um the way it's laid out I did have to ask a couple clarifying questions um but got some help in figuring out what is aligned to a what on here um I think that one of the things that I'm excited about is one of the objectives the last one that says by the end of the Academic Year 100 of students and Adams 14 will engage in social emotional learning and receive the wraparound supports needed to allow them to grow at least 1.5 years academically per year I think that is like one of the most important things if not the most important thing to ensure that our students can succeed and have opportunities and access to things that will make them successful in life I am also excited to see what the monitoring tools look like for the key indicators the Dual language experiences the dual enrollment um I once was a concurrent enrollment teacher for a college psychology course and so I'm just really excited to see those numbers and see how we're going to progress monitor that and how we are going to show that to the community a lot of the times districts will have their strategic plans and then they'll have you know this great table that says this is how we're going to monitor our strategic plan and it's nicely set up with years and everything and then there's no data in there and so I'm just really excited to see what that's going to look like um yeah so I mean I I like I said I really appreciate the visual component of it um good work anything else of course so uh vice president Estrada I'm glad you highlighted the social emotional thing you know just that is the the one piece I would want to drive home on this and certainly from the teacher's side of it this the teachers that were in the room at the time and the feedback we got this is what we hear over and over and over again when we think about what we were talking earlier about like you know all of this isn't going to happen at the same time I feel like a lot of the teachers would feel like that's needs to be first in order to get to the other two and um I think there's some good things highlighted in the initiatives underneath to kind of parse that out a little bit more in detail but just take a second and appreciate that front and center on a district document is probably for the first time in the history of at least the school district most school districts is like admitting out loud in writing that this is something that is crucial to learning is a huge step forward and um it's pretty that that makes me feel like feel good about and like we we spent our time wisely and so having that be like a goal that's a big goal you know you know and we're gonna have to really put some effort into that but uh it's it's exciting to take that step and I think it's really reflective of the community voice back to uh president Lovato's Point earlier that was in the room and the teacher voice that was in the room but the very much drove that home so it's good to see it there okay Jason um too I think that's the most exciting part about this um end and the objectives um a gene wonder if there's um some prioritization of them in the order inherently reading like to me um the social emotional learning and the wraparound services leads to our community schools district model that we've really been striving for and quite frankly I think that objective needs to be met in order to meet the first two that are listed but I don't know that it would give it any more prioritization if we move that up I made it first I just that to me was the most exciting part of this section foreign yeah I think we can we can definitely move it up to be first and just to to name um what we heard is how do we say to families that we're aiming for 60 proficiency and I thought that was really great feedback that we got from the community we did the math uh and to your point uh we needed to actually we need to grow students in some cases significantly more than 1.5 years growth but we wanted to put that and I think move it up to be first because that is going to get us moving in the right direction I also want to honor the Cadre member who pushed us on this uh Allison's stock up is that did I say her last name correctly Allison she's a social worker and every single session she's like I don't see wraparound Services here it's more than just about academics and so she actually helped us craft this goal specifically after our last meeting together so just want to honor her work there one question around the key indicators um I I love that we're um increasing the the opportunities around projects and work based learning but I think like I see those two as being separates and different things and I think we use it kind of interchangeably because I believe and I could be wrong but I think with our work was connected and the academies it is both and so I don't know if it would be beneficial to name out both because they are different things the work base to me is more CTE where we're tying the academic learning to the work and the professional opportunities and project bases bringing all these ideas of math and science and English language arts and everything together into one project and to show our student growth differently but I believe that is what those academies are doing right yeah it's being used interchangeably and different documents and in different projects okay we also didn't want to mess with the language there because you all had approved it but we could we can separate it well uh no because you know what we also do not want to do in a strategic plan is to very soon in the process which is after the objectives and key indicators how what we're going to be monitoring to lock ourselves into a program right so we're going to be looking at this type of we're going to be monitoring this how we get there looking at the initiatives and then even um strategic action steps to get there is down in the weeds that may or could change at any time based on the needs of the district but that doesn't mean that the priority is changing so that's why probably you know because I know that part of the conversation was you know when to stay broad enough to say this is what we want to monitor uh these are going to be key performance indicators how we get there let's wait to have that conversation let's first nail you know what is it that we want to see so um so that's another reason and part of the conversation why you know specifics programs are not included in the indicators that we want to see and I think that's why we worded it that way because our elementaries and middle schools are not going to be the same as our high school like the project-based learning we haven't developed those yet so we're not we don't want to say project-based learning but we're not doing it at the elementary level we're still doing certain things so I think that's why we left it when we worded it I think when we were in that meeting that's why we left it that way and we didn't do it well because well because we're doing it both right so we are doing workbase we're doing Project based but project and that is really focused in our high school we're middle school and Elementary is still kind of work based right now because we haven't developed that program yet for all of them that's what we're working on so that's why it could change depending on where you're at so if we put something specific and a parent in Middle School says my kids are not doing this and you said you did it it depends on where they're at as well in our system then I wonder if changing work based for Project based because uh you know that will be part of them part of the work is um you know on in the monitoring is is how do we ensure that all students are receiving experiences that will prepare them for work later on right or for their future but you know this is a strategic plan that even after you know we say okay uh this finalized it's it's ready to go and be printed in a little brochure that it's easy for people to understand this is our strategic plan we can change anything whenever we feel is necessary um based on our needs so uh with this conversation if we need to add or change work base for Project based or have both I mean I I think that as long as we understand what is in here why we're putting it in here that's that's this is our document I I love the feedback around making a project-based because I think it is more inclusive of all students in the district I'm happy to make that adjustment we can do it tomorrow that that's an easy adjustment um I did want to I wanted to highlight uh because having heard uh the board's feedback uh in in a recent board meeting we developed initiative 1.6 so I wanted to drive your drive your attention in that direction we feel really strongly that if we're going to meet the expectations of the Strategic plan we have to do it in partnership with families we need a district-wide strategy to do that and we need to extend learning to home which means we actually need to work with families to make sure that they know how to support their kids at home through a lot of different activities that are going to happen at school so I wanted to let you know your voices were heard and we got that in there for you because it's important it matters deeply I want to thank you for that uh because that's something I I always mentioned throughout throughout the it's just throughout the years uh the whole child should include us the parents uh in my experience my my son's graduating this year uh I don't I don't think I've ever felt included as a parent so thank you so much for for adding that into this strategic then I think something that I wanted to highlight here um that isn't really everywhere but it is kind of sprinkled into the initiatives is the mindset piece I think one of the reasons why we're here in the first place is is mindset not necessarily pointing fingers at anybody or um you know anyone from teachers all the way to the superintendent but really ensuring that when we're talking about giving opportunities to our students that we are shifting our mindsets from deficits to assets from um from fixed mindset to growth mindset not necessarily just as a teacher in terms of am I reflective on my own practice but also do I believe that brown and black kids could learn and that my students with IEPs and federal floors can learn um and so I would want to add mindsets to 1.4 in the initiative I'm just thinking about how in order for us to be able to ensure that our students fill that physical and psychological safety that it's us adults that have to provide that and we can't provide that when we have a mindset of certain kids can't learn or you know the deficit that the student does not know English or you know all of those things so as much as we can drive mindset into this work I think um I think the work might be much harder but um I think it has to be addressed yeah if I pull back the curtain actually on initiative 1.5 the reason we've included model classrooms in the Adams 14 Community as an initiative is because we want to be able to say to teachers it's possible it's possible here it's possible on this hallway it's possible in seventh grade and we have evidence because this is a classroom in this District so that's why it's on this list so that we can start to get up mindsets and have proof points that it's possible um is that mindset somewhat what is being set in this visions of Excellence is that um something that is going to be developed okay yes great um if I may add we started that work this year with uh the playbook for excellence where uh in the first quarter we hyper focused on that culture of Excellence high expectations ensuring that teachers had the time and felt supported to really establish classroom routines and um in in expectations that actually support a vision of Excellence right is not only actually academics it's it's it's feeling that Excellence environment as soon as we walk into any classroom so we had a strong focus on that following um our I want to call it Playbook because it doesn't mean anything to anybody following the guide on on the things that every teacher every administrator every person in the district we're going to be focusing on to support students during that first quarter so everybody was aligning their efforts so I don't know if the the users of that specific users teachers or principals if you want to add anything to to this first piece because it goes along with mindset but also ensuring that we have a structure to to monitor that their high expectations in every hallway yes definitely I mean we went from uh unit planning thinking about like the big picture into like individual lesson internalization as well and really like diving deep into specific lessons thinking about how to differentiate to make sure we're meeting all students needs and we do that through our weekly like data team meetings where we're looking at student work seeing what misconceptions they might have and then what reteaching their instructional practices can we Implement to make sure that we are holding all kids accountable to meeting those grade level expectations and uh it's continuing to be a work in progress we're continuing to reflect on our systems uh just to so that we can continue to make sure we are creating that vision of Excellence for instruction and then also the culture I mean the social emotional is so important as Jason mentioned we need to establish and model the beliefs that we want to see in our children and it's that can do attitude that we can get better every day and we have the capability to succeed um one one thing that I've been thinking about is something Dr Lydia talked about when introducing this piece um because we have such um support around the scl supports for our students and Rob Brown services how how can we work that into a strategic plan where we're telling our story um I think of a doc meeting that I sat in with Mr Marquez and some amazing students where of course we're tracking academic math how how are we capturing and understanding our students needs and how we're addressing them and how are we showing that growth because to me there are stories we hear every day but we're not we're not going to be able to change the narrative or address those basic needs of our students um we can't get to the academic until we do that first I mean I think I'm really excited about what was presented at the state of the school's event because climbing mountains is a struggle and so I think our our goal is actually to bring the strategic planning work into what's already presented and and really be a part of the fourteener uh work because I think that's very compelling it acknowledges how hard kids are going to need to work to hit these goals and the adults in the system uh and and let the data speak and tell the story of growth as it happens through these initiatives great and I had similar questions about how are we going to you know I I mean I can definitely think of a few things but but I I do want to see like in this process at some point we we nailed down some metrics by which we are measuring growth yeah for for social emotional things because there's no there's not going to really ever be any actual de facto accountability without data to support it so like what's the FTE that we're dedicating in social emotional support areas what what are the hours that have been spent like do we can we track that over time what are the outcomes that we can track you know we we've all been fed this like line of like the only possible thing that is measurable is two plus two equals four right two plus two equals four wrong and we can track that but that's not reality like we can track anything we can track how much time counselors are engaging with students we can track you can track behavioral data you can track how many meetings that we held with parents you know and so what are those going to be like when we talk about 1.6 on here you know family engagement plans and strategies I'd like you know I think we would all like to see some data on that like oh this year we met with 100 families next year we met with 125 next month I want to see that move forward and so but but I think along in the process here this is what's going to you know like like we talked about like these are these are Big Picture goals that we're going towards but I think it at some point for sure we're gonna we but I'm glad you put voice to it in the room because it needs to be tracked because that's how we know that we're actually doing something you know because we all need this to work and so that's the accountability piece that I think we're looking for yeah well that and how how do we know if we're succeeding or not or giving our educators the PD and the the supports that they need around that instead of like it's always instruction we know that inheritantly but what what are we identifying and where are we allocating those resources can I just because I don't track sorry I was just going to address that during one of the exercises correct me if I'm wrong one of the last exercises I remember is we actually talked at length um about how the how how would we do this and I think the hardest one was this one how do you track how do you measure um the social aspect of it and what do you put in as um the tools what is it that we're going to use so there was conversation already around it I think that people are very focused on it now um something that you had said Jason makes a lot of sense is that it's nice that it's finally eating and writing now as opposed to an afterthought so the fact that it's here and people are looking at it is what's important now we just need to figure out what those how we're how we're going to figure out the tracking mechanism to make sure that we are meeting the goal yeah so I want to I want to share what I've heard to make sure I've captured the feedback because to to the point that was just made that's our next step so we're bringing the drivers back together in the next 10 days with the goal of setting benchmarks for year one and for summer because there are things that we're going to have to track on to make sure we're ready to go when kids come back to school but what I've heard from the group uh we want to we want to actually prioritize or move the growth goal up from a visual perspective because that is what is most compelling to the Educators here in Adams 14 and it's what matters most for kids because it means we're doing right by the whole child and we're not hyper focused on One content area the second thing I heard is let's get more inclusive in our language so I'm taking that as permission to change board words from work base to Project based so at least in this document when you see it again it will be taken care of um I heard there's a desire to call out the mindset shifts that are needed to make this possible so I'll take that back to the drivers and figure out how we can work that in and I think you're going to see it's going to be needed in all of the priorities so just making sure that lives and breathes in this document and then lastly you're interested in seeing the benchmarks particularly related to what Jason named which is our progress with SEL wraparound services but also also community and family engagement do they miss any big feedback and that was amazing I don't know how you survived everything I wrote it down I took a lot of notes that's what we said that's what we made we met and I would say for our family engagement how do we keep our community involved during the summer when we don't have the kids in front of us like what what what kind of events can we have as a district over the summer to keep them you know to keep them involved and keep them thing and then what can we do during the school year to help change that mindset for our parents to be able to help and teach them as well so that that's that's my big thing is like talking about family engagement like when you have a you know a parent that's struggling with helping their kid with math how can we help that parent understand that right what can we do as and even that's for us like what what do you need support from us to be able to provide those needs for those parents and those kids so yeah yeah uh one thing I would like to see is specifically some reference or calling out to our community schools effort here that we've launched at Central and and that's going to be another way that we can track that you know is how how are we tracking and the progress and the growth through our community school effort at Central and then how are we you know expanding that district-wide because what what's come out of this work is that you know these social emotional and wrap around things are not just important it's Central they're important for every child in absolutely so that's another thing we can track you know progress there look at Key indicators that gray column the last line create customized targeted And Timely supports to ensure academic and social emotional supports are in place for every child so so this is the what the board wants to see Community Schools will be one of the how we get there uh and and the next steps that Sarah was talking about is bringing the group together to start looking at uh you know when how do we space now this goals you know in in the next five years right so where do we start in other words uh many of them were going to start at the same time um and in part of that Community engagement uh School engagement that we had a conversation with all principals we will take some time because we have two principles and some staff members and and uh labor being part of this process but now uh a big next step is to engage all principles because they have been somewhat engaged through them but now it's really getting hands dirty internalizing this because the way that I see it we will depend on them to be engaged in their own communities because they're going to have differences from one micro Community to another one there's gonna they're gonna be differences in engaging with them also um with the families what metrics would you like to see right because we we tend to go into the academics metrics and the jargon metrics right but what does that mean for families what what kind of things they would like to see so those are next steps and this is an ongoing document um this is this is just a very solid foundation because it includes so many voices here yeah and imagine this is just one goal that we covered yeah so are we gonna do are we we're going to receive the other ones in the Friday updates and then we'll come back so now that you know how this works well let me let me be a brutally honest here because I struggled so much when I said well we can do one at a time but the feedback was now all at once or like how are we gonna do that so uh perfect purposefully we didn't send this because you look at all this Excel and I'm like oh my gosh where do I start and uh we didn't want I didn't want to put you through that so now that we understand how to even look at the two documents and what they mean because we can go into the granular how we're going to get there this is not about the how this is what we're getting right the next steps is then identifying how in in an important piece is how are we going to hold accountable to you know to each other that it's actually working what we said uh we were going to put because if something is not working I don't care how many times we put in the document we need to tweak it right and but we need to and we need to do it quickly in in a timely manner give enough time for it to work but if we know it's not working let's change it right so those are our upcoming steps so that is just one goal so I'm here to your pleasure uh we can send it and then you can go at your own time through this and next uh study session we take another one um and um and then we continue the conversation this is this is a lot of work and um one of the things that I explained last week when I shared it we had a much more I had a much more aggressive timeline but the discussions were so rich and uh they were so genuine and it took so long for even the teams to you know come down to water the needs although since day one we were hearing the same needs but it just needed to be a process to talk about them and really you know come to to a few uh there was a lot of need to just tell their stories and and we wanted to honor that um so it's taken a little longer than my aggressive timeline but this is not to check the box this is actually to build something that will that is authentic and genuine and we'll meet the needs so I'm here to your pleasure you tell us how you want to proceed with this because like you said this is this is one and all yeah um I I think we can commit to reading through all of them like if you don't mind including them in the in the Friday updates um and then as far as feedback I I understand that we need to take our time and review all of it but I also hear the urgency and like we want this approved and to start implementing it so um do you guys want to submit feedback to um I think if we get it on Friday we should give you guys feedback okay to YouTube and then you guys get it to them and then we can see it on them right okay another idea is we could put this in an uh Google Excel document so that the feedback you can just add it in there so everybody sees the comments nobody has to be compiling anything and uh and as you hear each other's thinking it may generate different you know thoughts like that okay that option okay yeah just to to give your to give you a little guidance uh because it's going to be overwhelming when you open up the the document I would anchor in this image where we just went through the North Star priority we feel as though the next three are really in service to this so I'd actually read this like a waterfall we just went through the most important one and we're going to be really excited to share metrics back with you for year one and summer so you can see what those look like and give us feedback and then I would look towards Talent next we know we need to get Talent right to do this really effectively we know we need to ensure that all kids are being served through quality Equity practices that's really going to close the gaps for our subgroups and then lastly as this was the piece about mindset that's going to happen through high expectations so as you're going through the document just keep this order in mind in terms of what we think is most important can we include this could this have it I need my Earth so we'll work on on putting it like the waterfall I love that because it's actually a waterfall you start somewhere and then ends and so we'll try to organize it in a document that way so that you just start scrolling down and hopefully that will provide some kind of usually why we did not want to just add this you know for you to figure out how to start reading this because it's we're struggling like how do where do we start actually Tom Luciano and I were like brainstorming how do we help um you know you as a board go through the process in a way that makes sense so thank you for your um flexibility as us we tried this one and we'll bring your feedback back to the drivers uh we haven't we don't have that scheduled job we're working together to get that scheduled the next 10 days so the feedback will be received and then we'll share with all of the key players in the next step so you want it within the next 10 days I mean maybe if you want it included there you go yeah so we'll put the deadline so we're not going to wait until Friday uh because today is just Tuesday so the goal will be by by uh tomorrow we'll work on it and send it to you by the end of the day and you put the date you want it done and we'll get it done Dr Larry gets to decide because she's the one we're waiting on to schedule the meeting tells me to go awesome well thank you all for great information great work this is huge undertaking and I so appreciate it um yeah super exciting um right now that concludes our study session so um if it's okay I'd like to allow a five minute break and then we'll transition back into the special board meeting and thank you staff for being here yeah yeah thank you guys we appreciate you all filter I wanted I needed to feel my water system before yeah I think we're we're back on guys the red lights on all right everyone thank you for your patience this evening I'd like to call the special meeting of the Adams 14 board of education for Tuesday April 25th 2023 to order uh Ramona roll call please Mr Amador here Ms Estrada Ms Lovato Here Ms Molina here miss Zubia here thank you next on the agenda we have approval of the agenda um I'd like to amend the agenda bets um I'd like to remove 3.7 board self-assessments um I think this is very important that we we do this but I also think um we need to develop that evaluation as a board um and agree to what we're evaluating ourselves on before we do that so um I moved to amend the agenda um thank you uh Ramona roll call please Mr Amador aye Ms Estrada aye Ms Lovato I am Ms Molina hi Ms Zubia aye thank you may I have a motion to approve the agenda as amended almost uh excuse me a second yeah or I'll motion to to approve the amended agenda I'll second thank you Ramona roll call please Mr Amador aye Ms Estrada aye Ms Lovato aye Ms Molina aye Ms Zubia aye thank you next on the agenda is a 3.4 Personnel actions may have a motion to approve item 3.4 second I'll second Ramona Rocco Mr Amador hi Mrs Estrada aye Ms Lavado aye Is Molina hi thank you next on the agenda is 3.5 approval of purchasing limits and Authority suspension revision for purchases related to 5B as a reminder to our viewing audience 5B was related to the school consolidations um and our strategic uh planning um I will go ahead and put forth emotion and then we can move from there um I'd like to move to approve pursuant to policy BG to temporarily suspend the delegated purchasing Authority in policy DJ dja and allow with immediate immediate effect the superintendent's approval of any single non-budgeted purchase or expenditure for materials equipment services or supplies up to twenty five thousand dollars in addition this recommendation it is recommended I'm sorry that the Adams 14 board are all moved that we approve with immediate effect the authorization for the superintendent to approve any single non-budgeted purchase or expenditure for materials equipment services or supplies up to one hundred thousand dollars relating directly to approved the approved 5B plan competitive bid threshold shall be waived for these purchases directly related to the approved 5B plan up to one hundred thousand dollars sorry that was a long convoluted one we're effectively allowing our superintendent up to a hundred thousand dollars related to the plan is there a second and then we can have discussion okay okay um I think for for discussion I I really struggled with this one because I I want to allow our superintendent effects flexibility to get all that I can't even imagine needs to be done to accomplish this I I just think I I really want to stress that we need regular updates on this um I'm not saying you know we're purchasing 25 pipes and you gotta I just think we need we need to explain the overall picture because it was such an impactful decision and we haven't spoken about it since it happened so I I just I really want to emphasize that I think we need to make this a very transparent process um members of the board um so um updates because this really is the expectation or the what we're forecasting is that this is going to be true from now and through the summer as we get ready right this is not a um you know even in August or Beyond this is as we get ready um to the merging of the of the schools um during the summer right so uh one of my um what we can propose because we were especially worried that we did not have a board meeting in July so we were just worried about all these um but we can bring updates um either on our every two weeks or at the end of the month uh in the updates just to let you know if there's any that went over 25 but it's still under 100 we can we can include it in there in the update so that you have an update of the of the expenses um I don't know if Mario wants to add anything that we are particularly interested in in naming I just know that there's so many construction materials that take so long to get um and you know even movers if we're because we're planning on you know helping the teachers you know the packing but also the moving in in that alone for so many teachers uh it's it's it's a lot of these are expenses that we do that we need to add fairly quickly on them um I would like to pass it on to Mario in case there he can he can add anything that will provide some clarity on uh how we're moving forward with this one yes uh good evening Madam president members of the board drurya uh the 5B project as you know consists of six major projects the move of a Harrison to Monaco the mobile restaurant to Hanson and then the creation of the labs at the at the Korean handsome facility which are the three projects that are due before the August of 2023 the other three have to do with the the conversion of the elementary is 2K6 or pre-k6 by 2025 and then merging the two middle schools even though those projects those last three projects are out uh out in time they they can begin generating expenses now um things are very expensive today you don't always get them in the timeline that you want and so uh the spirit of this recommendation is for us to have the agility to execute the project the uh the team that executes plan and executes the option 5e means meets every day at 7 30 7 30 to 8 to review the actions of the day before and then plan the actions of the day this happens every day because it's the only way that we can make it to August with all those projects uh completed um this is about essentially giving the the superintendent the the the speed of decision making so that we can acquire those services and materials on time to be able to do this project thank you Mr Marquez I I appreciate that and I I totally think that was the intention and that's why I'm inclined to improve it I think um a couple of things one is I know um our Capital fund is um probably overspent at this point and and I just want to make sure we're very aware of where that is um and and also I think the other part of my my push on this is just um I think it's helpful that we we talk about this in every meeting like what you know um today we met with uh or this past month we met with Lester Arnold and we talked to the students and it just to understand what's happening was this this huge move is where I was leaning towards not necessarily the money but I think we I do I think we do need to keep a close eye on the money specifically because it's totally year end and I totally get the procurement um delays and and costs like I can't imagine because a lot of it's going to deal with construction items um but I I just want to make sure we're we're being transparent in this process because it is such a huge undertaking absolutely yes uh superintendent and I recently were discussing the the need to create a regular report for the board with the major items uh essentially these six projects plus the upk because the universal Pre-K was not named as part of the 5B but it is an essential component of it already so interconnected the business leadership team is meeting on Thursday and one of the things we're going to do is design that report which could include a section of uh foreseeable expenses yeah and that way yes you will get to see it regularly what is it that we see is coming and it allows us to be transparent with our community I mean I I get questions around the testing center and um Swap and all these things that you guys are juggling um I just think the the more transparent and um flexible we can we can all be with this whole process together so we're designing these projects right so we should have a a pretty good scope of what it's going to cost because if we're already designing it and building it and costing out everything we should have some numbers because I know when I was part of it in DPS and we were doing you know a six-month job in two months during the summer we knew the costs because it was already built in so we know what we're going to design and change and build and what needs to be done we should have some costs in there that we should know so you know I mean I think for me like I said the money is a thing but it's really just just so we know we should have some kind of budget in there that to know where it's going to cost us to do that because that should already have been planned out and built I mean we put in on these sprinkler systems uh elevator system and everything and we already had that planned and paid for by the time summer rolled around so the first day the kids were not in school we had construction on the ground so that I just want to make sure that we're doing that too and not like kind of oh we got something else new or something I want to make sure we have a plan on how we're getting this built yeah the project has been uh controlled via monday.com he has literally hundreds of tasks in there yeah some of the costs are our own uh labor and some are external services and materials and so we're gonna let the computer do a lot of those computations for us and when I take that and they make it part of the report to you just to add to your point of the um budget dog during El 1615 spoke about bringing um a different budget for Capital so that that will be included there that was part of the discussion with you anything else board members come on a roll call please Mr Amador aye Mrs Strada aye Ms Lavado aye Miss Molina aye Ms Zubia aye unanimously lots of strength and Liberties because that's a lot uh next on the agenda is 3.6 approval to purchase teachers curriculum institute TCI science curriculum for grades K through five um may I have a motion to um move forward on this without one I would like to move that we um deny this um I oh I'll leave it at that until we get a second or if we get a second yeah I would like to move that we deny this purchase of curriculum Square yeah well we could do a we have to do a second discussion or if it if it fails thank you I um for me I I just think this is a huge move um when we just purchased um curriculum like two years ago and I don't see the alignment um for secondary at all um I also just think with all of this going on it's just I I just I've I don't think it's um I don't want to repeat past mistakes where we purchased a bunch of curriculum and resources and it went unused um so I'm not saying indefinitely but for me for the upcoming school year which I know we have to decide tonight in order to get it in time and then we have to get you know everything in order for next year it's it's the timing primarily is not right for me um okay so how would you suggest we proceed should I can I move to table this is that okay so so Madam chair I'm sorry madam president whatever only 9 30 at night um so you'll have to withdraw your motion okay it is out of order but uh and even I mean you're you're the chair but the the president but uh it should be made in the affirmative okay so um but you could move to table it so but you can go ahead and withdraw your motion the second would have to withdraw and then you could table okay I withdraw my emotion you withdraw your second and so I moved to um table the this agenda item regarding the science curriculum for grades K through five I was going to say I would motion to approve it I think and so I know well right because you said right away I was I'd motion to approve it so as a substitute motion yeah a motion to approve it foreign and the only reason I say that is I think we're working on a on a program that was brought in and I think TCI to move into the six through twelve is a secondary one that we're working with currently as well so we already have TCI in our system for our secondary because our kids are working on it secondary so there is a transition there so it will transition into our secondary because it's going to be the same concepts of it um that's what Sheila has said that secondary it does have TCI currently so I I I would want to make sure that our K-12 is aligned and I think if we have two different curriculums with wonders and stuff like that it it may align still but I would think that TCI is um we do have it for our secondary currently we don't have Graw Hill is that incorrect for the high school some of our one thank you thank you madam chair for our secondary schools we do have TCI and then we do have some supplemental pieces for some of our one-off classes like forensic science and courses such as sat where we have supplemental materials uh in the event that this item gets tabled we would continue with mystery science uh which would be then rolled out uh for the the continuing for the 23-24 school year thank you for putting that out I didn't realize yeah that's why yeah tci's already in our secondary right right yeah so I that's why I would I would able to approve it so it matches up between all grade levels our motion to approve it to go through all grade levels I just think it's a learning curve for elementary teachers but that's what I said I think our our secretary already works with it so they can help with that transition all right we have a motion and a second Ramona roll call please Mr Amador aye Mrs Estrada foreign sorry I should have been thinking during this time um I Miss Molina Miss Zubia all right motion passes um may I say something of course so um I I I will go as a superintendent and um because I I hear the concerns and how difficult this decision is um as Sheila said the implication of we do not move forward with this is uh we're continuing with the current one that we have so we'll revisit this I appreciate you know the approval of this but but know that we will I'm taking at heart the concerns shared and uh I'll do a revisit of all this and keep you posted however thank you all right um with that um that concludes our special meeting May 9th is our regular regularly scheduled board meeting and that will begin at 6 30 pm may I have a motion to adjourn emotion please um Mr Amador aye Ms Estrada aye aye Ms Lovato aye Ms Molina Ms Zubia all right thank you everyone we're adjourned 9 29 right here 9 30.

thank you Miss Humphries it's been moved is our second second thank you Mr Jetty it's been moved and seconded is there discussion I would like to just say that having been through this process with both the employee trust board and then our our new supervisory board everything went extremely smoothly and was very well received by both both committee both boards and um it was it was actually it was the first time we went through this process like this and it was very very helpful and very um very well done thank you is there any further discussion so these holidays would affect any employees who are enrolled in the in the insurance with one caveat to that it actually positively impacts all employees because um because it does offset the district's contribution to the employee benefit trust which has allowed us to award the dollar per hour and the three percent pay increase going into 2024.

you just need three so we need three quotes do you have them yes you're looking at her so we do have that I'm assuming this if we don't have them we'll get them before and so can we bring them here three quotes yeah Lance is the one that got the quotes from the different companies who do the work so we can get you the three-point if you like from the three companies have been on I think we should review them sure anything anything further all those in favor any word oppose okay carries uh donations they see none articles Landscaping students attended the 93rd FFA State Convention public participation this evening see none listed report from the superintendent out of state travel out of state travel for Inari melchorian athletic trainer to travel to Indianapolis Indiana for the nata a clinical Symposium June 21st through 24th at a cost of the District of 1547.80 motion on that please did we miss what articles no I I mentioned it but okay the motion we made do I have a second going once going twice gonna die in natural second discussion yes Mrs Fitzgerald is this something that our athletic trainer attends every single year uh China I'm gonna apologize from because I don't have my paperwork What's the total for that dollars 1547.80 okay thank you anything further yes Frank anything further yes um it's for clinical Symposium symposia in uh in Annapolis in the Indiana um for our for our um our athletic uh no it's like it's like a conference it's a convention right oh talking about uh athletic trainers learning about how to work with how to work with kids in terms of you know if they get hurt she's our trainer that oversees any uh injuries that happen on the field it's well like any any uh conference it's to learn uh more to learn more about what you do as their new technologies new methologies no it's optional for the school to send her yeah we don't have to send her she's it's it's kind of like professional development well it's basically like professional development well here will it improve her as a professional by attending this conference is she going to learn things and bring back things that she can utilize as that professional in the job that she does for the school here Frank um see Marilyn's hand go up I don't think I have no Maryland I'm going first um you know nothing in a usually we get something that is a description of what they're traveling for and I'm looking here I don't see any descriptions I mean I'm willing to approve prove this but I want to see data supporting what it is what the conference is about um and what is it is what the learning goals are because most of the time when people submit Trevor expenses they always will have backup information as to what they're going for and if we're sending somebody to Indianapolis Indiana I want to know what it is they getting out of this um particular conference right hold on Mrs Fitzgerald yes I agree with Frank uh in that we have asked and have been supplied with any out-of-state travel or conferences anyone's going to the detail as to what is actually happening in some cases we've had pages of the entire program in this case I that first of all the timing is right because our sports are will have included at this point unless we were going on to any uh Championship rounds but so the timing is very good and certainly I wouldn't want to deny anyone that level of professional development but it just seems like maybe the paperwork was done in haste for instance there is no travel not even mileage if she is bringing her own car and then evidently she's not eating because there are no meals included so I just think that maybe this is they're not the true amount that needs to be submitted so again I would want to vote for it to be able to happen but more detail is definitely what we have requested in the past superintendent when's our next meeting uh two weeks two weeks okay I can bring back more information we have time with the June 11th okay who made the motion who made the second okay at this time the chair will accept a motion to table this matter oh any discussion this is not going to affect the whether or not she can go right time wise okay no I know but there's registration issues I don't I don't know that to be a fact but a lot of these conferences have got you save x amount of dollars by doing it that that's all I'm just saying all those in favor anywhere to polls okay please put that under the table matters please address okay um where am I now yeah SkyWheel contract this requires a boat John superintendent uh you have before you a proposal for services that I put in your packet this is a company that was uh Grant received a uh and we were awarded a grant from the Department of Education to work with this company to provide Mental Health Services for our students it will allow our those students who are having difficulty in getting Mental Health Services both therapists and psychiatrists so they can get medication an opportunity for this company that would be working with closely with the school to provide services to our students and the contract would require us to um cover any costs that the students training student does not have insurance we would be granted a grant of up to ten thousand dollars if we're servicing 25 students uh to provide us services for them at a rate of 120 dollars per hour from the health provider and um the concern that the attorney has is once we are paying for services even though it comes under a grant glts is paying for those Services there is some liability that we're extending out ourselves to but um he wanted us he wanted to make sure that the that the school understood that and the other thing is would we want to provide more than ten thousand dollars so once then once we've reached that ten thousand uh air mark of services beyond for those students who do not have any insurance then we would be liable for any of the costs beyond that so the school can provide in its budget twenty thousand thirty thousand a third certain amount of funding that they would want to provide towards the service beyond the ten thousand dollars that would be covered under this particular Grant but the services the the thing is if students have health insurance or Mass health then uh there's no cost to the school but this particular company will provide the services for the to for the students at uh at that rate of 120 an hour but it would be covered by insurance or whatever the insurance rate would cover they would be covering that so I guess the key to this opportunity for our us and our students is we'll be able to get students who are not able to find therapists and psychology psychologists and psychiatrists services that would they would otherwise not be able to obtain by working with us we are there are a few schools in the Commonwealth but we were fortunate to be given this opportunity we were selected as one of the schools from the Department of Ed to receive this grant but it we I would I would feel I felt that the school committee should vote on whether we should move forward with this grant given that there is some liability there our attorney is working with the attorney from the uh from cartwheel to mitigate as much of the liabilities we can so he's made some changes to the actual contract once we have a final contract um uh it will be a recommendation from the uh attorney to move forward with it we're given the minimal liability and all the areas that he finds that are concerning so I would request that if the committee is comfortable with the attorney's recommendation to move forward in terms of firearm liability that we would move forward on this opportunity for our students I think I have a motion on this please for a second we have a second second for discussion Mr tiebox John How do they select the students that would fall in that category that would be chosen you know the school would write the school uh would select the students that would be involved but who goes through what's the process of selecting the students the process is done through the uh the guidance Department okay we would be trying to meet the needs of all students that are having difficulty finding support and help in this area right now we put in for a pilot program of 25 students to see how this works we could have as many as 200 students if we wanted to but we've at this point we're looking to just do a selection of 25 students the most needy students in the school who are having difficulty in meeting this their service needs meeting their needs with regards to services in this nature Mr swallow hey I'm looking at the snapshot of the um if you working here I see three licensed mental licensed clinicians but I've seen any mental health but foreign can you hear me now um I see licensed social workers I don't see any license other Macy's on their staff except for the society um person that's on here um it's just the full staff of this particular agency this is just an example they're just showing you an example of their team members they have psychiatrists psychologists they have a full team of whatever the needs of our students are they in order for our students some of our students are having difficulty getting medication and so the only way they can get medication is that they they have a provide services of a psychiatrist in order for them to get so they will be provided psychiatrists as well to meet the needs of those particular students who need to be on medication so this is just an example of their of their care team okay because I work in the field and I know that for a fact that a licensed social worker doesn't provide the kind of same kind of services as a licensed Mental Health professional um and you have a doctor who prescribes I know how many prescribers are here maybe the person's Society has a license to subscribe but that's not listed on here either for medication and they only see they will only see a person for 30 30 minutes and I provide the full amount just to make sure that everything that they need is in place now up a little bit I see how many students are we looking at because they're saying for 200 students only three full-time therapists and that's a total of 66 students per each therapist so I'm kind of worried about the kind of care they will actually be receiving so that that's the uh proposal at this time any changes in The Proposal would have to be negotiated with them more more Services services or professionals yes you know what's that Frank this is uh festero yes I I think my question is similar to Frank some looking at the cost of glts which is not that huge but we have the pilot program which is for up to 25 students which is what the superintendent said but then there's the option A and B for 100 students or 200 students so is the recommendation that we would just do the pilot program for the next three months but the March obviously well now may would be two months May and June for a total cost of five thousand dollars or or are we looking for option A or B so uh the recommendation of the director of guidance is to do the 25 students based on where she believes right now are are well our need may be greater but she feels in order to determine what the quality of the service and the effectiveness of the service and the work she feels like we should start off with 25 and see how well the program works and if we're comfortable moving up to 100 students we could always do that next school year but if she thinks it's important to really get a handle on you know uh how how how well the program's going to work and then and also in terms of our liability and expense and also get a better handle on how many of our students don't have insurance some we're doing some research on that now to see what the total should we be investing ten thousand or Twenty Thousand I would make a recommendation to the committee that we that we put a cap on it for this year for twenty thousand dollars that would be my recommendation Vivian not superintendent I believe I think you answered uh my question but um does guidance have documented the list of students that are in need of these services and we don't have the necessary resources and tools yes and in that list is it more than 25 students or and and is that list um consisted of is there like a hierarchy of like the the first student is the one that requires the most like is it graded in that manner so I don't know the exact number all I know said it was recommended that we start with 25 and the process will be to meet those the ones that have the greatest needs who are really struggling and suffering right now to try to meet their needs first uh and then um but I would assume that if she felt there was a hundred that need into Services we would go to that next level but but at this point she feels that they're probably somewhere 25 or less that are really desperately in need Zola thank you um so you're saying you're going to start with a pilot it says Pilots for three months is that correct correct so what's going to happen after I mean if we if you decide the school decide that this didn't work it says stop there we're putting in the contract that one of the things we've been putting in yeah so in the contract they do say that um they have within 30 days if they decide they want to stop the program they can or we can but we're putting language in the contract our attorney speaking language in the contract that uh regardless of whether they stop the contract or not they have to agree to continue to provide services for those students who need that service so we can't they can't just drop our students after 30 days and say no we don't want to run this we don't want to we don't want to continue with this contract they have to agree to continue to service our students so whether it be three months or six months we feel that when the students if the students in need that they need to continue to service those students and meet their needs so it's the contract all to June 2024 the full content the the contract this contract will be in uh in place uh I believe this contract will go for uh to the end of this school year and then we'll continue uh at the end of this year to determine to move on to the next school year whether we want to extend the contract okay so when is the first contract ending the Contra that we are we're looking to go to the end of the school year until July 1st July 1st 202.

I can still remember my long hours oftentimes arriving at 7 30 in the morning and leaving at about five o'clock in the afternoon the before and after school times was my catch-up time this was when I was able to document my daily activities of meeting with students for various reasons ranging from social emotional needs to just checking in with the students regarding their progress in school during the day I was oftentimes juggling conflict mediations ssts parent conferences assisting students with social emotional needs attending IEPs and much much more that I have not mentioned as the schools move into declining enrollment and the number of students dropped the needs of the students increase especially after the pandemic even though my ratio is much lower now than my earlier years I feel that the students need is much greater now I have lost count of the number of referrals that I have made to counseling service to mention counselors were informed by McKinley Children's Center that they will no longer be receiving new clients I am sure this is because of the high number of referrals that all of us have been making many times when parents do not follow through with the counseling services we're it we are the ones that offer the support that the students cannot receive how will we be able to meet the needs of our students if our caseloads are increased and how would having one counselor that is assigned to all those students with D's and F's and all those students struggling with emotional help how will they that be beneficial for only one person to deal with all that would I be obligated to say to a parent when I'm meeting with them if it was to be brought up that they their child needs a social emotional help or are struggling academically sorry but I can't talk to you any longer I need to refer you to someone else at that point I'm sure the parent might not say anything to me but I'm sure that parent might be thinking what was the point of me coming to see this counselor if now she's sending me to go see someone else okay we as counselors work with students to meet their needs as a whole we do not pick and choose what areas we want to work with thank you for your time thank you everyone um families parents who came to make public comment we are listening and we thank you very much for your comments we'll now continue our board agenda on item 8.1 Commons reports and requests by the Board of Education we'll begin with board member Benavides good evening everyone first of all I'd like to take this opportunity to congratulate all the teachers that were recognized here this evening and some of the words that really stuck out to me was structure dedication responsible caring passionate diligent but there was two phrases in particular that really struck a core with me it was championed for students and model Educators and from what I see here today every teacher at Azusa Unified School District encompasses these characteristics within them and thank you for your dedication and commitment to the Azusa School unified students um I would also like to share with everyone that um I was able to attend last Tuesday the think together champions for change and that just also uh highly emphasizes what I just said about the Azusa universe unified school district teachers and faculty and staff and the administrators the cabinet everyone here at the district including or hear our board members and that was a great event it was it was something that was new for me to attend I I congratulate the Azusa Unified School District for being nominated as the think together Champion for change for 2023 right 2023 and then on Thursday I did attend the all district concert at um Gladstone High School on Thursday and that was something new for me to experience and that just further emphasizes the talents that we have here at Azusa Unified School District the musicians the creativity and the passion that the children have and that the teachers their dedication to our students and then on Friday um with uh superintendent Ortega and um Cabinet member Camacho and vice president Yolanda Pena Rodriguez and myself we attended the awards banquet for think together champions for Change and I'd like to take this opportunity to thank president Beau for um I I attended in her place it was a lovely event and it was it was a nice event because it was they were honoring and recognizing Azusa Unified School District and I just think this whole week if we have to this past week we have to look back and then today with the teachers recognition it really just highlights that Azusa is on the map and I want to thank everybody for their hard work and efforts thank you board member Rodriguez Pena good evening everyone first of all I'd like to congratulate all the teachers that were nominated today for the teachers of the year I want to thank them for their dedication and to our students at ausd also their stories were so beautiful it's always good to hear what they do outside of their teaching job we couldn't have did it without them especially these last three years and um also I want to congratulations District teacher of the year 2023 to miss compost ball well deserved I've known Esther for many years and she goes out of her way to work with the students um I even have seen her in the community events um throughout the city of Azusa so I know because my granddaughter had her at Gosling high school and she loves her when I told her that she wanted she's like oh my God you know so she was really happy I just wanted to say that I say that to her but anyways um also moving forward I want to talk about the thing together we Azusa Unified School District received the award of champion of change award 2023 it was an honor to receive the award versus Unified School think together we had a partnership with them since 2006.

on the the agenda so I just wanted to take a moment and give you a little bit of a shout out because we had she answered my call immediately and answered my questions in depth so I appreciate that we appreciate that they are here to make sure youers are informed and possible so you could make the best decision possible for our kids so thank you for that and Dr mcgord this is all part of that state law that has to do with students being able to read by the end of third grade correct yeah move on when reading I did want to make a comment I was very impressed with the materials and what will be for our students that might need a little extra support I thought it was very well thought out and well done to help them and provide something more for our reading Specialists to work with is it will it just be the reading Specialist or will every teacher be using this or trained in this or how will that be how would that look I guess good evening Madam president governing board members and Dr McCord primarily it will be used by our reading Specialists who are also categorized as teachers so but primarily they will be used tier three which will be with our reading specialists because they'll be doing intervention for students to begin with correct with this that was great yeah that will be great I appreciate that and I appreciate that you that we had a a public review and I guess I would just ask was there anything of note in the public review that you could bring before us nothing nothing specific other than support we did not have a lot of public comments for it and that also sometimes shows us that either it's a really boring topic or that they're in support we generally do here when there are concerns and so any feedback that we receive was positive in regard to the resource thank you I love that this is just an additional safeguard for those little kiddos that need that extra help this is we're putting like little guardrails around them so that they don't get too far off track this program's amazing yeah great thank you Mr Page any further comments or discussion okay hearing none then I will call for the vote all those in favor of purchasing the supplementary reading intervention resource for the K3 students as explained please vote by saying aye hi and any opposed please vote by saying nay thank you that will pass 5-0 and on 9.04 policy development first read a policy gccb professional support staff personal emergency religious leave Dr McCord thank you madam president Year many board members we bring before you tonight for first read which has gone through our policy committee uh for you here tonight it states gccb professional support staff personal emergency religiously each staff member will be granted personal leave not to exceed three days per year no more than 10 percent of the staff or other groupings of employees may take personally if at any one time requests for personally may be received at least four working days or I'm sorry three working days prior to the first day of leave and must be approved by the principal guidelines for personal leave State each employee shall be granted three days of personal leave each year front loaded at the beginning of their work calendar according to their full-time equivalent status if an employee has one or more personal leave days remaining on June 30th one day will roll into their personal leave bank for the upcoming year any remaining personal leave days will over will roll over on July 1st to medical leave at a rate of one to one personal days will not exceed four at any time for employees hired after July or January 1 personal leave is prorated all personal leave non-holiday intercession period must be requested from the site administrator or supervisor a minimum of three working days before the date of the personal leave requested requests shall be acted upon in order of receipt and the availability of substitutes if necessary May limit the number of requests granted by any at any one time and we also have this kind of core this correlates with our memorandum understanding so we have that note down there thank you Dr McCord board members is there a motion I move that we approved the first read of policy gccb as presented just adding the word um will roll over in the in that one paragraph right here in the second new paragraph we had one word left out that Dr McCord put in okay so we just oh I see that yeah do you see that okay excellent okay thank you it's been moved is there a second second thank you Mr Page it's been moved and seconded is there any discussion I just can we make a differentiation between personal leave and sick leave right now yeah or in a policy no no just pers sick leave is completely different than what we're talking about today yes you're sick child sick family member sick personal leave is you have a wedding to go to you have something that doesn't fall into the category of sick but you need that day off okay I just wanted that to go on to record I thought you wanted to write something I'm sick I need to yeah I was like wow can I take it yes no I just wanted to differentiate that this is not sick leave that we're talking about right something this is personal yes thank you for that well and I think we should also say that this has been in practice this year correct as approved by the board with the memorandum of understanding but we are just now trying to align our policies with what we're practicing at this point correct so it's nothing new or different than what we've been using this year just so that people don't feel like this is something different right and also this is a this is a first read at any rate so we will take it back to policy committee no matter what and bring it back for a second read before it's approved or adopted in our policies correct is there any further discussion okay see none I will call for the vote all those in favor of approving the First Street of policy gccb professional support staff personal emergency religious leave please vote by saying aye aye I and any opposed with me thank you that will also pass 5-0 that takes us to the request for future agenda items 10.01 is there anything that you'd like to request tonight if not we can please let Dr McCord myself know before the next meetings if you have a request for an agenda item thank you that will take us to the board committee reports beginning with myself city of Mesa liaison I just wanted to let our communities know especially our Mesa students are students who live in Mesa and are part of Gilbert Public Schools Mesa Public Library is starting student Outreach in preparation for the opening of the Mel at Monterey Park that is expected in the fourth quarter this year and Miss Polly Bennett the director of Mesa Public Library has has put this email out I wanted to follow up with with you let you know that our marketing team has reached out to the elementary schools in Mesa that are in Gilbert we have offered an e-card option and also information on library card registrations to the Mesa students who are enrolled in inner Gilbert Public Schools so again we're looking forward to having another library in that Monterey Park area part of our Gilbert Public School area so looking forward to that and we'll kind of follow up with with that as well that was the main thing I had from the city of Mesa so uh 11.02 town of Gilbert liaison Miss Rhonda page nothing tonight thank you thank you 11.03 Gilbert Education Foundation and audit committee Miss Humphries well we we do have our scholarship um reception coming up on Thursday at 7 30 at Desert Ridge cafeteria we'd love to see people turn out and support those students and um professional staff that will receive scholarships and the the recognition of volunteering and receiving their letters I just wanted to also share that um this month I attended a tour of the Maricopa County election center and I found it very informative the level of transparency security and the very detailed Dedication that the election staff members put in was just amazing to me they have a YouTube channel Maricopa elections that you can go watch a videos that explain some of the election processes and they also have bee ballot ready where you can go and check on your ballot and see what your ballot has done so it's just a really informative process for me and I I really appreciated the Maricopa County recorder for opening that up to recently elected members to to take that tour and it was just really phenomenal to learn how safe our elections really are so was that the Gilbert Education Foundation audit or that was just uh that was just something that I did and I wanted to report to my constituents thank you we will now move to 11.04 Insurance trust representative Mrs eugetti I think I already reported when we were passing thank you Jody appreciate that 11.05 legislative representative Mr Thompson I have nothing to report tonight thank you Mr Thompson that will take us to 12.01 our meeting dates Dr McCord thank you madam president governing board members on May 2nd we which is pretty much the three months so you mean that now if we decide to continue you're going to bring another contract to start and get up so the so the way the contract we're looking is that those students that are become part of this program will continue in this program until there's their needs are met whether it be to the end of the year or 60 days or 90 days whatever the needs of the students are that's what the agreement will be but they can take on new students for the next three months until the end of the school year new clients so I'm a little bit confused I'm sorry if they they are students that are in the contract they're going to continue even if the three months finished that doesn't doesn't that mean that we continue a contract with them like automatically yeah the students are under their care and we would agree to continue the contract for a continued contract on a second year okay so what I'm looking for is a school to approve to go into a contract with this if we're satisfied at the end of the three months they will continue the contract for another year yes well the contract will continue for those students that are in place but we won't be adding any new students unless we continue the contract we will okay that's a little remote for you Vivian thank you I just have a question in regards to like if we were to approve the pilot right why does it start on March 1st if we're already the end of April then if we were to approve this today when technically would this contract come into effect would it be sometime it may it would be immediate the reason they were hoping for us to start in the beginning of March the region hasn't is our attorney has had this contract since the beginning of March reviewing it and um it wasn't at a point where he felt I should bring it to the school committee for a vote because they were so far away from an agreement with the company on some of the difficulties within the contract so right Mr chairbox ing services so the services can be at home until it's on a zoom telephone Zoom uh it can also be set up here at school if we wanted to in fact if there was a hardship and it couldn't be done at home we could set up a situation here at the school where they could get the services while they're in school here Mr Sorella oh I'm sorry were you done Joe oh yeah okay I didn't know never mind sorry we've been here for years and we're still learning um so we're talking about we're going to deal with contract for two months or a month one month we would do it immediately and go to the end of the school year we're not going to go retroactive back to March 1st no okay um and the difficulty is once a therapeutic therapy is a relationship so if a kid starts a relationship with a particular therapist and it works out is is very detrimental to remove that kid from this therapist so I hope that there's things that's going to be in place to protect that that particular portion and the other thing is making sure that we're making and I'm pretty sure it's already done but we're getting all the parental sense there from every parent that a child is going to be participating in this so all the parental permissions everything that needs to be done will be done um and um the um Services once the students that's part of what we're ensuring is in the contract that the services don't stop that the students continue to get the services they need because we know how important that is once they start with the therapist to have that person they trust in communicating with continues so that's where we're making sure there's language in the contract that protects the students ability to continue to work with that company any other questions or comments okay who made the motion was it no he's secondary for discussion who made the motion okay I'm going to ask you to withdraw it I want the superintendent remake his recommendation uh if you if you want to withdraw it because you put a dollar amount in there that I don't think he had in your recommendation the first recommendation about ten thousand dollars or Twenty whatever I'm sorry whatever it was twenty thousand I think that should be in the motion volume correct yeah so I would I would entertain the committee could make a motion to uh go into a contract an agreement with this company on the recommendation of our attorney for up to uh twenty thousand dollars uh uh cap on on fees so moved kind of a second any other discussion all those in favor anyone opposed thank you very much superintendent would you uh give us an update on the little reggies so um I don't know so ads of uh April 23rd through the 29th um we have one two three four five six seven oh okay so as of for this week as of this week we have one two three infants and we have one two two toddlers and we have one two three four five preschool so three five to ten students in the program as of right now September um signed up right now for September we have one two three four five infants wait a minute I'm sorry five toddlers five for for September right now signed up we have one two three four five toddlers and infants we have one two two infants oh no excuse me I'm sorry uh we have one two three four five six infants for September and preschoolers we have one two three four five six seven eight eight preschoolers first September 's learning how to count yes Frank what's the cap and maximum in each category so um we have we can have as many as eight infants 20 preschoolers and I believe there's also uh uh 10 toddlers 20 so that's 30 38 students total 20 preschoolers toddlers in eight infants that's a lot of infants yeah John are they all staff uh children so do we have staff for all the spaces oh yes they're all staff all staff members children yep any other questions we expect the September numbers to go up quite a bit yet okay you said we had three three events at the moment and six are registered for September last night and you say that well September will include some that are already in the program so people who were already signing up their children first September starting in September summer will be repeat yeah yeah yeah anything further yes I'm sorry Frank yep um what I hate when that happens I know we got the data before um what's the fees for infants Toddlers and um Pre-K huh yeah I don't have the booklet here the great structure do you know John the great structure for the uh weight structure no rage excuse me things my my poor English I'm sorry from Boston I don't have with me but we do have some new rate structures that I'll bring to you in the next meeting that we've been working out based on what we believe the numbers will be okay nothing further on that okay the did we didn't we already vote on the cello yeah we vote on the chart so we'll cast we're not there's not another chip it's not another Chiller right okay cold enough in here all right monthly District committee meetings superintendent will propose one meeting per month to the committee um I'm making recommendation for the committee to uh I'm proposing we go from two meetings a month to one meeting a month uh in order to uh because often um I believe that we could do our business within one meeting and would take save us time uh and uh within my own office and the work that we do in my office uh in terms of putting meeting meetings together would save some time and I think we could meet our needs by doing it one one meeting a month uh so I'm making a recommendation that we go to one meeting a month is a recommendation on the there's a recommendation from the superintendent grab a motion please motion line director I'm sorry move the recommendation okay do I have a second I'll move the recommendation for so we can discuss it if there's a second question okay discussion comments Vivian presented as indefinitely Or is this for the summer like summer schedule for starting the next school year starting yeah definitely yeah permanently oh permanently right starting in next school year you have any other questions with me have any other questions oh Frank oh okay I thought you had your random um even though even though it sounds good to just come here once a month but we have so much to discuss and I know we try to do this once like two years ago and again it's so much work I know that at that time we didn't have a um so that therefore that's why we added a recorder because it was a lot of work for Sue actually to do all the minutes and get ready and be back here every two weeks but again we have so much work and waiting a whole month that's going to be even worse that's my comment I don't agree with it but other comments yes this is the show well I haven't given this weeks of thought or several days of thought but I feel that often times the things are redundant um I guess before I would go one way or the other I would ask for instance with the financials um can we go that long or is there another way to get the information for the financials and approve them for instance warrants um and payroll the things that have to be signed off even though we only need one signature there are Financial things that come up uh give us an example tonight's vote on the capital expense I'm assuming that we would call a meeting in between if it was needed for whatever important reason such as an expense so I I feel that when I was first on the committee it seemed that we didn't spend as much time for instance on the minutes we would have boats but it wasn't a Verbatim of what happened in terms of recording so I know that that does take time and in preparations and I guess I'm thinking out loud here now I guess what I'd like to hear is John's reason for knowing that he can the school in general can do fine with just one meeting a month yeah I think for the most part most issues are are can be resolved one meeting a month can come up once meeting a month as you say the financial issues that may come up that might be critical we can call a special meeting for that every you know in that between week if we had to I don't think there's going to be a lot of occasions that we do have to do that in terms of the warrant we can still have the warrant that goes out for a signature for payroll every other week one so if it's simply to come in and do payroll but I think typically um you're you know different companies fill out at once once a month so for the most part I think that would that would cover our warrant but if there's an emergency warrant on a particular item that has to get paid um we can always send that out and often uh the uh chair of the committee often comes in to sign any emergency and then we put it on the warrant the following uh warrant payroll uh as well if I could ask in terms of the warrants um I'm guessing we are on a 15 to 20 day um payout to our vendors um and that we don't have any problems because we are late payers I I can't imagine we have ever gone over the 30 days but um am I making a true statement that we are in good stead with all of our vendors Jerry so the other thing I'll add here is that at other districts um they're a DocuSign the warrants do go out by DocuSign to the school committee members and as you said Marilyn only one is required but everyone can receive it and sign it by DocuSign it doesn't you don't necessarily have to be in the school to do that so um and and just one other note too I know the superintendent put this on the agenda I will say that there are quite a few districts that only have one school committee a month there's not a lot that have two Frank the only one I know that's about our ascending communities that are only doing one a month is Lawrence and that's because they're receiving ship um and even then all the issues there come up with that one one once a month is a lot more substantial and what could be broken down to two months and I know that for a fact and this is going on since receivership 2011.

so that to me I will be in total disagreement and we'll get no against it um there are a lot of things that we can do I don't know how many other communities but our communities are forced in the communities to do two months except for Lawrence Vivian um I would like to propose an amendment to the original motion um where I think it could be a happy medium or something to start off in the sense where we would probably see something common in a lot of committees where during the summer time so my proposal is that um the the original motion be amended to one meeting per month until August or mid-august which is right before school is uh supposed to start once again um no so one is technically our last year a number on break for two months yeah about six weeks where are we in April Adam they know I'm in my motion until then our last meeting I will do one meeting a month until June until we come up with uh an agreement if we're not in agreement at this point okay we have a the most excuse me one second the motion was just made as for for uh discussion only also Mr hate him Vivian emotions for start for next year now so I think the superintendent is starting for next year am I correct sorry I thought I heard him say starting next school next question yes certainly I thought that was your question no no the association of schools committees is this a common thing with them do they have guidelines for this for for meeting dates I'm not aware of any guidelines no it's actually set up at the school Charter the school Charter set up back in 1963 scheduled for one meeting a month when the school first opened they technically on the books our second meeting every month is a special meeting if you look back way back way back and it just stopped in its day that long ago so it's been it started off as one meeting and then for whatever reason I wasn't here in 63.

you know a lot of the times we at here on the board or cabinet Administration don't see what's going on inside the classroom we don't see the teachers um work their magic right with with their students and who is the first person that they come in contact with in the sense in a classroom setting is the teacher and so I give you guys all kudos for putting up with their kids and for leading them guiding them mentoring loving them because it does take a village to raise our kids and regardless you know of how a student is um I I've actually worked with Miss Crawford side by side and I've got to tell you we have some of the most amazing teachers in this district and she's she's also an example of an amazing teacher um that goes out of her way and we don't see all the little things but in this seat is to be able to go to schools walk into classrooms um and witness firsthand the things that are happening in our classrooms with our students um all you need to do is focus on the on the students and on their work and on their expressions and what they're saying and that tells you everything about the work that teachers do day in and day out I also want to uh say that I was uh at the uh benefit for Azusa Unified School District I think together uh put on a um really amazing video uh had amazing things to say about Azusa and what we have been doing in our district in partnership with things together uh and it was great to see a night dedicated uh to the district and everybody that was there to support that um on Saturday we partnered with the city and we were at the community Fair uh that was hosted by the city at Memorial Park I wanted to be thankful to everybody that showed up there we were represented from the little itty Bitties early childhood education all the way to the to to to to the adults in Adult School our nutrition services brought their a game and against all the show uh all the feedback that we got they could not believe that students were eating that in the cafeteria um one of the highlights is we had a local farmer there uh to highlight how we are doing Farm to Table um fruits and so uh it was good to be out there with the community engaging with the community and then lastly uh to Echo what our student board members said just want to show thanks and gratitude to the all Foundation that partnered with the district to be able to provide all of teachers of the year and really um acknowledge all the work and effort by a variety of different departments um to make tonight a special night so thank you all and congratulations to all our teachers that we're recognizing our teachers for an entire week so it's a it's a big deal for for us so um and then also on the agenda is recognizing our classified employees in uh in the resolution so um Board of Education we have that on our agenda I also want to note that on Friday night I attended the AXA award event I attended the event with AMA president um Aaron Kramer and we're able able to honor our some of our administrators Diana Rojas Adrian Acosta Sam perdoma Sanford Domo and Althea Zimmer and then I also want to thank Lika Juarez and Oscar oyama who were also present at that event and lastly I also got an opportunity to interact with our community on Saturday afternoon representing Human Resources uh trying to fill our our positions with some of the community members that attended that event so that was really neat to be a part of thank you moving to item 10.1 Mr Ortega did you have a request on the agenda yes Dr Beau I would like to pull item 10.12 and I would like to pull it not for reconsideration in 11.0 but just to pull it completely off the agenda thank you for that request may have a motion make a motion to approve I second that motion with the exception of um 10.12 I second that motion thank you any discussion seeing none hope are we ready to vote and the motion passes unanimously moving to item is it 12.1 um that is correct 12.1 may have a motion or I'm sorry this is an info item chief I would like to introduce our Azusa police chief um police chief Renwick who is here to provide an update to the board on our partnership and how they support our community as well thank you good evening everybody it was a great night of honoring all the teachers so I was glad I was able to see that I'm here really just to give you kind of an update of where we've gone since our last town hall meeting and this year um we have struggled with Staffing which has made our a challenge for my staff and myself to to fill SRO spots but we have been able to do with overtime spots and additional people every week to be there we do recognize the importance of as the the schools merge the issues that are going to come around and we want to be there so since the town hall meeting we've made it uh I've had my staff make sure it's a priority of our men and women out in the field to get by and visit and do the site visits at the schools as much as possible to get the visibility I recognize as as the chief that the youth we've often been in the high schools but we haven't been as visible in the junior high schools or the elementary schools and as I've seen this gang violence tick up and and pick up which is cyclical but we are on a downslide right now we're doing good we do recognize that the kids are getting younger and we would like to be there when this occurs so uh the plan for the department and when we discuss it with with the the school district is to hopefully have two sros at Azusa High School next year to increase it by one Staffing um would will make the ultimate decision but we will have it at least one full time and then some overtime as often as we can so that you you will see a bigger presence of uh law enforcement on the campus just to make the kids feel safer as the young lady who spoke earlier you could tell she had some apprehension of the schools coming together and we we can't have that so we will have as many officers on campus as possible all the time just so they get that Comfort level especially in the beginning of the school year um and I will try to hit it hard this year too as we fade out into the year we usually have a lot of incidents occur as the school year comes to an end um but back to the elementary schools my my goal this coming year is when I started back uh as a young officer we had an officer on campus program in the city where I started and what it allowed is an officer to be assigned to each elementary school and have um anywhere between four and eight hours of of time a month to spend at the school to attend events award ceremonies Red Ribbon events any kind of um events that go on at the school be there so they have a visible presence meet the teachers and we're never take the place of the counselors or anybody or the teachers but have another Voice or another ear that kids can come to and give us a different uh picture in light so that's my goal of this upcoming year hopefully we can kick this program off and it'll be successful it'll help with our one visual but the safety of the campuses as well and help us build um since this town hall meeting we have worked with the sheriff's department I think the the incident that Center there was an incident a domestic incident A Center Middle School that really highlights the the collaboration we have with the sheriff's department um it's Center Middle School Falls within the county jurisdiction although it's the city of Azusa but we were first on scene as they call us when some people picked up their phones down one and went to the Sheriff's in San Dimas who then called us because they know our response time is much quicker and we get there um and then we work together to finish the investigation of hey we saw this we'll take this you guys take that the collaboration is great um we've since that meeting we've had a breakfast our detectives have gotten together and met to discuss cases and discuss how we're going to go forward in the summer time they're getting some extra deputies to come out and how they can work with us and we can work with them just to be a force multiplier and more visibility for for the community our ultimate goal will be the safety of the kids and the community so with that any questions I can discuss we're here to collaborate with the school district I talked to the superintendent as often as possible and he he'll send me text messages hey can you take care of this can you do that and most of you are the same thing I see you guys all the time and you can send me the same text message and ask me questions but our goal honestly is to continue with great teaching lowering crime and making it safe for the kids to to flourish and be successful thank you so much Chief board members yes I want to thank you Chief Rocky for staying this whole time but also I've also heard from the sheriff's department same thing great partnership and we do appreciate that and I know that you are working as hard as you can in your um detectives and everyone else trying to make Azusa a safer place to end the community you know so thank you very much for all that yes I have a question you said that um kazuza PD would be one of your goals is to try to get and correct me if I'm mistaken but four to eight hours per month at the elementary schools is that correct yes oh okay and and that would start that would I'm hopefully at the beginning of the year so what I'd have to do is you know I put up a list and officers will volunteer to pick a school um that first month will be okay you're assigned to Longfellow you go out there you'll meet the principal meet the staff hopefully they have an introductory um what's the word I just went blank um where everybody comes in the auditorium the beginning of this assembly so anytime there's a similar like that I'd love for our officers to be there just to to be able to say hi to the to the the boys and girls um then if the principal or teachers have any issues or if they want to give a presentation that day just schedule with them throughout the month it'll be a collateral assignment for them because these will be Patrol officers that'll have six six yeah I'm usually between four and eight hours of overtime to spend um at this school so they'll make their schedule with the principal or other teachers do we have anything planned this week um I can stop by on Tuesday and and spend a couple hours either playing at recess or if there is an assembly they can be at the assembly just an opportunity to get a foot in the door and have a uniform on the campus for a couple hours it would be great if I had you know 14 to 16 extra officers to to make it a daily you know that's their assignment um but I think I just want to get that initial when you're talking the first greater than greater when they first go to school is to be able to see an officer there smile give them a high five shoot a basket do the Pledge of Allegiance and just be there even if it's just for a couple hours park a car out front and let the parents know that if something really happens we'll be there definitely we appreciate the um the effort and and the visibility at the schools sites are is very important nowadays but I also wanted to say thank you for your collaboration with the sheriff's department at um here in San Dimas and the response time and just being there for the students and the staff here and teachers I think that's really critical and I appreciate everything that the PD does and thank you for your time thank you just want to say thank you for the continued partnership um and and for the the opportunities that we see time and time again to partner with the city partnering with PD um and so and thank you to part you personally for uh just your presence uh out and about and even here sharing with us this evening thanks for having me I just want to thank the whole entire team of Azusa police department and you're the leader so thank you for leading your team in making sure that our city and our our students especially in our school district you know our schools that they feel safe and that right there is our main priority and again I just Echo all of my colleagues and everything and so thank you again we're in it together so uh we'll be here you guys know where I'm at and you can reach out anytime and thanks for giving me the opportunity to speak thank you so much Chief have a great night thank you moving to item 12.2 Ms Camacho this is our third quarter Williams uh report we did have um one complaint that we received that has been since result are there any questions from board members thank you moving to item 12.3 may have a motion make motion make a motion to approve 12.3 like in 12.3 moved and seconded any discussion seeing none will call for a vote and the motion passes unanimously item 12.4 may have a motion motion to approve 12.4 is there a second I'll second it moved and seconded to approve 12.4 discussion yes I would like to discuss this item um or so I want to know what was the rationale behind um Azusa High School wanted to have the fireworks I know the rationale behind Gladstone High School that can be their last graduation at Glaston High School and you know because we won't change it changing to the Middle School Glaston high school was open in 1964 which is 67 years ago and that will be their last graduation um Azusa High will continue having graduations moving forward I want I don't want to open a can of worms and all of a sudden next maybe Sierra Heist is going to want um fireworks and then maybe next year someone else is going to want to fire fireworks I think the purpose of it for Gladstone High School is because it is the last graduating class at Glaston high school after 67 years that they had been a high school other comments Mr Ortega could you provide some additional information around the uh the origination of this request by Azusa High School oh absolutely um it is my understanding uh that this is a high school was made aware that glass on high school was going to be having a fireworks show at their graduation via the board agenda being published um for the for the the month that we approved the Gladstone High School uh pyro contract uh when they found out that it was a my understanding when they found out Glaston high school was going to have a fireworks show uh they began to inquire work discuss and talk about having a fireworks show at their uh graduation uh as well uh I'll ultimately uh the associated student body uh decided that that's what they wanted to do at Azusa High School um and elected to move in this direction and that's why that contract is here tonight Mr take it just to be um very clear so it's the azuzahai ASB so the students have developed this proposal and are putting forward the request does that mean that this firework expenditure would be funded by ASB and not by the district that is correct on both fronts uh this is Azusa High School ASB Associated student body decision and they're using their funds for the show and this is a class of 23 expenditure that is correct so if if this were to move forward um is there an obligation for a fireworks show at azu's high school for class of 24 to continue or that be a decision driven by and approved by the students of the ASB for class of 24.

even though it seems like I was but uh they uh they moved at that time to have a special meeting so they didn't have to redo the charter so actually literally our second meeting is a special meeting every month it's not listed that way but that's what it is show in with the well the motion was put just for a recommendation I mean just for discussion anyway it's to drop it's to uh change um the district committee meetings to one meeting a month starting in September any further questions or comments okay uh you wish your motion yes this is uh for Joe I'm again just thinking that um that there would be certain designated months I look at September as so much happening that we would have two meetings in September um perhaps two meetings then again in January um as we so almost in every other month basis perhaps I I certainly agree with the fact that many of our meetings it all could have been compiled into one meeting for the month but there are certain months and uh that September just sticks out as so much information for us to be given to hear about um to vote on so if the superintendent um were agreeable to that that we designate within our nine month or ten months of actual meetings that um we designate two or three of them as specifically as having two meetings and um and again maybe only looking at this as a one-year trial but I'm just discussing right now not making a specific recommendation but throwing it out there for discussion guitar box couldn't we rely on John to make that call if there was a need for a second meeting within a month's time it's being the superintendent I don't have a problem with that myself but superintendent um certainly if there was a need for a second meeting we could we'd have that special meeting we always I guess we can always be open to possibly having that second meeting to Maryland's Point September is a busy month so we typically have a meeting in August and then they're gonna have the second meeting in September so we'd catch two meetings right off the first two weeks so have our first meeting in August and then two weeks later have our first meeting in September we would get the busy season yes Frank see we've been looking at the goals that was presented earlier of increasing transparency to me this is more of decreasing transparency because whatever we if we are waiting once a month to show up to figure out what's going on there's a lot of things that could be missed I mean even in two meetings a month there's stuff that's missed or issues that arise um so to me once again when we're looking to increase and I'm also looking at training that's who's Memphis recommended here for a school committee um once again to me it just sounds like we just decreasing transparency given um often in our meetings whenever we want to cancel the second meeting we do that without any issues and we do that based on your discretion um whenever the second meeting is not necessary and we'll just uh continue to meet in the following meeting that we have scheduled why I'm just trying to understand why can't we probably exercise that a little bit more on your end where if you feel that the second meeting is not recommended you can just request that we do not meet or we have that meeting canceled as some as to oppose to making something as permanent as just going uh to one meeting per month I think if you do something like that there'd be a lot of inconsistency and you would never know you know well I'm going to cancel the meeting or I'm not going to cancel the meeting I mean it makes it to me a little difficult to plan and and keeping an organized system going in regards to transparency I think having one meeting a month if it's clearly transparent and we do strategies to get more people at the meeting more people on zoom and really the transparency we'd come in in being getting the message out when we do have meetings that everyone's able to have access to the committee also to information and if there are information it needs to go out in between meetings we would typically do that through different uh Avenues through our website which we redesigning through social media through Communications with a lot of our stakeholders through our newsletter that we do every every two weeks now that's been much more informative and more clear than we've ever done before so I think we can still have transparency uh it's just you're not going to get the information that's you may not get information as soon if there's critical information that goes that needs to get out there then we can call a meeting a special meeting if in the two weeks we need that meeting Frank and I'm and I'm going to also disagree with you John because right now we look at expansion of the school which is more legwork than and and you know because we have been having the discussions with the legislators in all the town and then we're going to have to start talking to expanded School we're going to go to Once one meeting a month which is going to be tons of that work on top of that um so once again I'm going to stand firm and disagree now like Leo is the chair he calls or cancels meetings um but like he also says it's about having three other friends with you foreign okay anything further around this matter okay we need to uh I think the motion was just to discussed was it just a discussion I think it was a discussion okay so we need to uh come up with something or let it die one of the other um uh I don't know what does everybody think of uh still taking the summer off but doing the odd even months you know the odd months you do one even Munch you do two odd months you do one even much you do two it kind of comes September you would do two if I if I correct if I remember my eighth grade math nine is an odd number you know so I'm just saying you know it's just a compromise to try to to see if uh you know Christmas you do one we normally do one anyway yes it's movement right now we're not getting much if I call the motion it may pass but I mean I would rather try to get something that that most of us can swallow you know excuse me one second yes I would suggest that we table this for this meeting and have the superintendent come back with a proposal that takes into consideration what we said so that not every month would be an absolute too but with a deaf definitive plan of which months we would and I and I believe Leo is correct that we do have our first meeting in late August it isn't that we take off it's totally off but we do have a meeting so um if the superintendent were willing to come up with something that we could look at and say hey this is going to work um rather than just throwing out little pieces here and there if that was agreeable to the superintendent John want to make a comment superintendent um given given the conversations and the concerns that the committee has um at this time uh I'll also consider what Maryland is also suggesting but at this time I would withdraw my request for one meeting a month and give it more consideration and more thought particularly given the comments of the committee members and their concerns I'll withdraw that request and um so a table it and then if if I can come up with more concrete datum why it would be effective then I'll bring it to the committee at this time this year I'll appreciate a motion to table this matter discussion follows in favor do you want to pose okay moving on superintendent politics oh I'm requesting that uh moving forward after after this meeting uh we no longer bring postings for a vote as the all positions are that we vote on or if they're in the budget if they're not in the budget then I would bring it to the committee for an approval on a posting for a new position that may not be in the budget uh I think it's redundant and um unnecessary what what I will do is every meeting any postings we will have between before the next meeting I will give you a list of all the postings that'll be that'll be coming up and that'll be on our uh on teachepoint moving forward I make a recommendation that we I would like to make a proposal that we go to that system instead emotions made by the superintendent of a second okay discussion I don't remember the year that um the ability for the school committee to hire was taken away but it was a long long thank you I knew it was a long time ago um so in fact it's there's no need for it unless it is something that's new and not in the budget which we would then have to approve to be in the budget so I go along with this but I would ask that um we continue to see the list of names of people that have been hired with the town they're from which we've been doing so that we continue to know the people that are employed after they've gone through the process of being hired on our what's it called Teach point thank you okay are you uh we would have recommend um yes absolutely right a lot of school districts are going away from school Springs it's not the most effective um method on top of that we've gone through this before this has been brought up before the committee several times so it also bothers a question to me once again we're back at this same conversation about not bringing things before us and if we're looking at being transparent are we looking at why Physicians are are not filled or people are leaving this is another example of if we need to put a policy in place to be proactive to make sure we're retaining people and we're not seeing that we can't calculate because I don't know how many other school community members outside of probably Maryland and myself I don't know if Leo goes on school Springs um I should go and look to see what jobs are have been posted what jobs are out there when a job has been posted um and going back without committee many minutes um to make sure that they were brought before us so once again this has been something else another item I disagree with you okay just in that comp uh just to comment on that Frank I think we uh missing the boat is it wasn't a transparency thing they're still going to bring it to you it's just not going to be voted on because it's already the money their salaries are already allocated in the budget [Music] right but but the position is still going to if an English teacher if an English teacher leaves and we have to replace an English teacher from the way I understand it is the superintendent is going to still say so and so was uh was uh was hired for the English to buy it's just not going to be voted on which is kind of kind of redundant because the money their salary is already there but if the English Department has five teachers and needs a sixth for whatever reason the sixth teacher would be voted on because it's not in the budget Leo I'm um I'm aware what John has requests okay then but it's still transparency that's going to be hidden so whether there's a fifth teacher added or not that's a brand new position and the money is allocated there but once a teacher leaves that that teacher is not going to be coming back in we're not hiring a new teacher at the same salary it could be higher it could be lower than that person based on on the grid they fall down so it is a brand new position regardless if it's in the budget it's where it falls on the grid yeah it disagree Mr Hayden oh okay anything further we have emotional I get them to get confused this year we had him we had the motion to ever say uh I just want to repeat what you guys said so that I understand it this um motion says to only provide new position to the district committee for approval but I heard that Sherman saying that every replacement is going to be brought to us that it was a replacement done for whatever teacher's values is that correct because that's not what that says this says that only new position will be provided to us did I misunderstand it and I also want to say that this came to us before and is coming back again and my position is still the same I do not agree with this because I had to agree with Mr surilou this is taking away from the trans person from the communication absolutely what I mean I know it takes time but that is part of our requirements or our you know things that we need to do as a community um we're not going to be voting on the replacement position if it's already in the in the budget and if it's a replacement position that's in the budget no you won't be voting on it you'll be notified that that position is going is being posted but you won't be voting on whether to to approve the posting or not because it's already been approved in the budget and uh not necessary it's redundant and there is transparency and that I will provide you with uh all the new hires it doesn't take any anything Authority away from you with just simply uh makes the process easier and uh quicker in that I can then hire people more quickly without having to wait for a vote every time we need a teacher or we need a position filled in a timely manner but that's not what this is this only says we're only going to be provided new procedures if it's a new position then I will bring it to the committee for a vote if it's not in the budget if it's not in the budget then I'll bring it to the committee for a vote in order to put it in the budget Vivian did you have a question Frank if it was in a timely manner and once again if we needed it to have a special meeting to get something done that could also be called within a timely manner hey is there anything further no other hands fingers or anything okay all those in favor all those all those opposed would you call the roll please when you have a moment Mr tabox yes or no yes Tesla no Mr Needham yes Mr Cirillo miss Mama no Mr Fitzgerald yes yes motion carries 4-3 okay uh updating on uh updating on grading uh committee progress foreign yeah no no I don't I don't believe so so I wanted to share with you the uh we have a grading policy committee that's working on making a recommendation uh to uh the principal and myself and which I'll bring to the committee when the work is completed uh it started uh this winter phase one was I'll go through the uh the action items and the timelines for the grading policies work so phase uh 1A was research that was done um beginning with the discussion well I won't read through each one of them you can do that but there was research done in Winter the winter of 2022 they are um looking uh to find out and come up with the more Equitable grading practices and policies within the school district they looked at other school districts uh policies and practices and they're uh they've been as a committee reading a book called grading for Equity I thought I brought a copy oh here it is they're reading this book here if the committee would like a copy of this just let Sue Lally know and we'll get you a copy this is the book that we're working with uh that the committee's been reading and uh trying to look at some thoughtful ideas and uh other methods and practices that are going on I this book is uh well written and has great ideas and recommendations for why it's important to have grading more Equitable and fair for our kids particularly kids who are struggling the most in in school and how to deal with it with regards to grading so that's part of what they've been working on um then in March they started developing doing a development based on Research integrating for equity and others in the field they've identified objectives and action steps that the new grading policy will achieve for the students for staff for family and then develop a theory action for H overarching objective in April which is this month again working on development transform current grading policies to meet new objectives and the action steps identified during part one of phase to develop cohesive booklet with identify strategies from the Decap to support the implementation for all students printed draft copy of the glts grading for Equity booklet in May 2023 final development presentation approval present grading policy to the leadership team share the grading policy with staff with open comments and feedback from the staff and then present the grading policy to the school committee for approval and then in June 2022 23 identify professional learning to support implementation creating timeline for 2023 professional learning opportunities and alignment for assessments and Grading so part of this process will include professional developing professional development work that will be done particularly in the next school year and then in September through some of that professional development work the implementation of an equitable grading policy so that's work that's going on right now with the grading committee how can you come up with a question on all of that go ahead I don't mean to pick a scab here but will this grading policy include the um freshman exploratory okay did I pick the right this grading policy will include all grading across the board Mr Hayden Mr lawyer the grading committee is a made up of vocational and academic and what's the balance as far as the vocation so the grading committee is made up of Administrators both vocational support service in academic uh leadership members when you say academic leadership members are they teachers or administrators the grading committee is made up of Administrators don't you think the academic teacher should have a say the teachers the teachers will have have input in in the process as well at some point once they've put together once the administrative team have put together a recommendation before anything is brought to the to both the principal myself which is part of the process uh the The Faculty will be able to weigh in on on the conversation and also weigh in on recommendations as well in this process they will have some say in the process they're just not developing it at this point but we'll have some say in the develop final development of the process of can I make a suggestion that the teachers and Vocational instructors be part of the committee before you make all these policies the committee I I believe the committee that is putting this together uh they're doing the actual research they have the expertise in the background I believe to do the job effectively and then bring it to the teachers for uh it's not a teacher driven um process it will be a process they will have input in and and also have the opportunity to weigh in and on and make recommendations as well but they're not the developing team for this we're not including teachers in the development of the pro of this but they will have their their voice will be heard in in the outcome of the final product that comes to the committee the teachers will have some say and some input on it they're just not the developing team that's putting it together [Music] foreign took me a minute to find out figure out what you're trying to do with this is this something the department and I've heard the department is looking at new ways of grading this is something that came out of their recommendations the uh I'm gonna let sulant to that because she's been working with the committee I'm not sure if they've had looked at any of the Department of Ed's uh recent recommendations that they've made I can share a little bit of context so we have the instructional leadership team members Representative members of the instructional leadership team are working on this grading team and as superintendent Lavoy mentioned what they're doing is um looking at different research they're doing a book study and they're taking it apart and really looking at other grading policies as everyone is aware there's certain districts that are going to more competency-based grading such as just like the vocational side like they have a competency part we're not ready to go full competency-based grading so what we're looking at is to identify certain grading practices as part of a change in policy that will move our grading policies more Equitable and in my report later you'll you'll see and when you get a copy of it you can look at even our Equity audit made a recommendation around coming towards a more Equitable grading policy but I do want to speak also on Mr Hayden's question because it's a policy change we're doing the research but there's going to be um input we're going to do a presentation to the staff to all staff because the staff we need their expertise we need their input and their feedback we're also going to need staff in terms of the implementation and how we can support them so they'll be an opportunity for any staff member to also do a book study on the grading for Equity there was a grant last year that the Department of Education did put out in terms of identifying districts to have an opportunity to do more work around grading we did not participate in the grant however there's a vocational school and several other schools and we'd be able to actually benefit from the work that they've actually shared so in terms of the work that the Department of Education as they are looking at this as an area that supports equity and so we are learning from them and there is another Grant we may look to participate but last year when the grant came out we were doing so many other things we didn't want to add one more Grant but the we've benefited from some of the resources that the department has recommended that book and several of the other books at the department recommended we're actually looking at yeah so basically some of this one of the books that department of Ed recommended how does that um based on some of the research that's been done how does that compared to our population can you say more about that inflation of students um social economical backgrounds and so forth um you know and we'll probably share some parts of it I think um that definitely aligns with what we're trying to do um in in terms of like identifying areas where our grading practice we've talked about Ella before even in terms of bias right removing bias from from grading practices and it's just something that we all work on but I do think it aligns nicely with the work that we're all trying to do because as we know Massachusetts is number one in education but for some not fall um so I want to make sure that and I know that department it has recommended several of these um and looking to steal away from the several practices but I would make sure that our population of students are being are Equitable in how we're doing this one forward once this is just kind of the superintendent keeping you updated in terms of the process but this would be a policy so there'll be a full um recommendation and a presentation to this committee once it is we're hoping to have it ready by the end of the school year so we can work on implementing some changes for next year but we will not we'll make sure that it's all ready and that you'll have all of the data and the information that the committee's actually been working on whatever the staff gets you'll have as well to consider anything further okay moving right along uh principles report welcome back I segue that um so I just have a brief report tonight um I also just wanted to share some context and share um today was day one for my little Reggie that's my grandson and he started in the daycare center today oh wow cool so just some context to see he had a great time I guess he went home and fell asleep because he was so busy um so I only have one item on my agenda tonight you can pass those down foreign [Applause] and I are excited to share the equity audit that you've heard about um it is finally um it's finally finished and we also in terms of transparency this was shared out with the entire glts staff they have an opportunity to go through it we want you to also have that same opportunity this will be also a public document that we will share on our website and also with our families as well in the future today our instructional leadership team members of the instructional leadership team had kind of a workshop for us to kind of go through it there's a lot to digest here as you can see I won't be discussing it all tonight um thank you but we the superintendent and I plan to do uh more of a presentation with outline action steps and how we'll use this in our next meeting but we before we gave that presentation we want you all to have an opportunity to review it one of the things that helps is that in every section there's kind of recommendations that go along with it I'll also share the digital copy because the digital copy has a lot of links in terms of resources and recommendations this report also includes the data sources um so this data there's also a bio of Dr Meg mayo Brown who actually did it um so the data collected to perform this Equity audit came from multiple measures there were the um the auditor looked at all of our performance attendance enrollment graduation dropout rate discipline rates she also did a huge review in terms of a document review she even references when you read it she even references school committee notes so she really did kind of a thorough job and she also did in the beginning of the audit she started with an equity and inclusion survey to all stakeholders so you'll see that throughout the document just briefly the areas of focus that you'll see with targeted recommendations one of the reasons the superintendent I wanted to share this is it really aligns nicely to the work we're doing with the five-year strategic plan one of the reasons why we also want to share it out as soon as we got it back is because the um strategic plan different the different strategic plan teams can also use this as a data source in terms of aligning it with their work so as I mentioned on May 9th the superintendent and I will have more of a presentation that will just point out some highlights of how we'll use this not only in our strategic planning but our school Improvement planning and also in different areas so it's it's a great document today the instructional leadership team had an opportunity to kind of break it apart and come up with some areas of highlights some big ideas and we also are breaking this down to what we can do now what we need to stop and think about and what we need more information on and once that document's done with our full leadership team we'll share that out with staff too so it's a big document but it has some great resources and um I think that it does point out that the work that we've that we're doing slowly but surely is moving in the right direction yes but there won't be a quiz I promise questions does that conclude your report yes um our my students aren't here they will be back in May 9th they they weren't able to make this meeting so they'll be back on May 9th Frank quick question I'm looking at Chronic smts I mean how 10 percent uh 10 the more people are out how does this affect the grading system this new greatest system well how would this new radio system if put in policy of um applied to Chronic absenteeism well I think our goal is to have every student in school every day we do have some students that have absenteeism issues we have a new um member of our discipline team that's totally focused on engaging students and families with absenteeism I think our new what we're trying to do in grading is really it's it's about what students um how they demonstrate what they know but I don't necessarily know that we have any plans on changing our current attendance policies I don't know if I answered that or not uh you did um I know that attendance can affect the student's grade the current and we're looking at this new grading system to be approved eventually I'm just currently wondering how that will play in it with students that are chronically absent um so so um that's something I want to see and if you could provide or through human superintendent Friday um a number of how many students are chronically absent I'm actually through YouTube Leo superintendo okay thank you anything further thank you all right um District committee priorities I see none policies appreciate a motion on Section B Be Dash School Community meetings um you know it's a section I'm sorry this section B let e you know I'm sorry yeah I'm the old business right but no this this is our policy manual that the committee has that we're working on a little bit every month we take one or two one or two of the issues every month yep um report of the committee well well we'll go there reports of the community you already passed all right I thought I said reports if we had subcommittees if we had a committee that needed to make a report which we don't okay um yeah no you're right right no I'm saying if we if we had a committee if we had a building committee okay that or um oh no I'm sorry uh if we had a committee that had to that met and had to report back to this committee it would meet they would be discussed there thank you and their priorities okay um do we vote on it no I have a motion on uh section B a second second oh any discussion uh Frank I'm good are you good yeah all those in favor all right what opposed okay uh new business see non-tabled matters are we prepared to take this off the table John the emergency response to safety to take emergency response and safety protocols on the table of banners for discussion which one so move have a second if I have a second all those in favor superintendent are you having a packet provided to you there was a question about medical emergency response plan and so I I didn't see that and you got this evening plps is Medical Emergency Response plan that's made it through the department of debate uh for a year and updated every year so that our existing plan as it stands now one of the other and it has in the plan also lists uh everyone that is CP CPR a AED and first AIDS athletes and plus what their certifications what certification they have easily particular areas of expertise and also for um in terms of CPR for staff [Music] um we have in there um let's see uh students are trained uh high school students are trained in health classes for CPR we have an ongoing course that's offered for uh you know CPR instructors in the building uh who offer courses um and uh Tara who is one of our phys ed teacher on a regular basis when they are when there's a need or a desired someone's looking to be able to offer a training for CPR and uh first staff members who want to get certified in the CPR instruction um we have professionals here in the school were trained and uh heads-up program to be able to identify when students may be dealing with a concussion um particularly many of our athletic coaches performance for the superintendent I'm sorry foreign first aid and AED trainer many of them says first aid no that means they don't have the training but they do they do have CPR yeah yeah um I'm going to check information but I believe I believe again I don't have the the I'm not 100 sure but to do CPI you have to have first aid because you know it's it's a it's a set of things that you need to do and then the CPR is just the part of the first aid that says care but I'm going to confirm that and I'll get back to you because I believe if you have one you must have the other one um also I read that there's 10 AV station within the building and that means everybody knows how to use that I suppose you know you have a protocol to go if you if they need it what to do because those should be locked yes I suppose that's part of the training yeah okay um I would like to see those um not today obviously but I would like to see those um those um stations sure I don't think it's a lot but maybe this school is really big so I suppose it's it's good um okay um so another question that's not about the first day of CPR or AED there was another Island That was supposed to be in this um table agenda but I only see one so I know I've received may I speak I can speak right even though I'm not talking about it first okay so there was another item that I asked for um interview Excel interview information I know I've received an email from you particularly to me hope I hope you send the email to it because I I didn't get it I only got one you send me an email on Thursday the 20th which I read it this morning because I was on vacation I was out of the country I just came last night and believe me it has been uh ah very very busy day today but I read this today and um you know you spoke to the attorney according to the email the attorney the attorney which is the district attorney meaning is our turn attorney right okay yeah so you talked to him about my request and um I even said if I have questions to call you obviously I just read it this morning so in the email which I want to read from the district attorney it came from Mr chair lamontette um superintendent April 20.
