there I think we're good right Eric no I'm just all I'll let you know soon as realize it's it's going as of okay we are live okay so good evening everyone and I called the special meeting of the Brookfield Board of Education to order and first we should stand for the pledge I pledge allegiance to the flag of the United States of America and to the Republic for which it stands one nation under God indivisible with liberty and justice for all okay so first up we have public comment is anybody that's tuning in want to make a public comment that is pertinent to tonight's agenda I see it rich did you want to make a comment okay so I'm going to take the silence I guess as a No so we are going to move on then to approval of proposed changes to grading so at this point I'm going to turn it over to Jen to sort of summarize or actually let's get a motion first so go ahead I will move that the board approve the updates to greeting and reporting procedures K to 12 due to the coab in 19 pandemic inclusive of governor LeMans executive order 7c to close all connecticut schools and the necessary shift to distance learning the remainder of the 2019 2020 school year as recommended by assistant superintendent dr.
can we Madam President yes I'm gonna suggest that we go ahead and amend the motion and be still talk about it but not both pretty much you know what I it's an info item as it is right it's an employee item so can-can what is the parliamentary procedure to to to adjust I don't know how to adjust what we're discussing in the item right but it comes in as an in phone in the next meeting we vote on it so this is well there's no need to vote at all that we're not bought it we wouldn't be voting today anyway it's not an action item there's no nation but what you could do is have the discussion and as part of that discussion give-give Zboard or rather give the district tell us what you would like to see next time based on the conversation that you have today and then we could bring that back at me so I keep my motion okay and when we get to this item we could discuss it either I don't know table it for faster more information when we get there that's that's my recommendation I second that recommendation okay so at this point we built that's how I see it so am i correct yes thank you all right let's vote okay have you joined the meeting I did I'm trying to join I am joining it right here and my names on it and everything but there's no arm voting thing on my on here can you log out of the meeting in love yes yeah then we try to do that what maybe we could work by hand I don't know night night I could log on lock like log back in okay okay I will do those deals feel of it don't play okay so we're gonna go by hand on this one so board member yes opinion yes board member Cruz Gonzalez yeah weird member Greer yes I remember Ariana's oh okay and board member I I'm gonna go ahead and go with it so we can hash it out when we hit it so it passes for two one okay and so next we were going to go to item 5.0 5.1 recognition of Gladstone senior Ximena Escobar oh and I forgot the student board member student board member how do you vote yeah yay I am so sorry I'm gonna write that in big letters on my PC okay so now we're going to a recognition in Awards recognition of gladstone see here doesn't mean escolar is he many here she should be I saw her text message saying she was in Marana she said her video was muted hold on I apologize for the mispronunciation of your name him inna she just said that she's on on my phone so what's her name I heard name is gonna ask I'm looking [Music] axel and you let me I'm gonna ask her where her login name is is it maybe it's axel let's try that yeah she's axel okay okay hello my face isn't being shown either um hi dad's account by the way bottom of the screen hmmm on the left hand side sure it's not giving me the option of showing my face just telling you to you maybe um can you like I'm like can you the person that's hosting it I think you have to give me the accident there we go we have there yeah there we go hi okay so we're recognizing you wonderful video that you did I saw I thought it was so cool it was awesome so Obama that's the first time we've ever done it video so you're our experiment a little bit what inspired you to do this yeah so I definitely just because with all this going on there was a lot of like talk of like people being like oh you know like it doesn't matter that your senior year isn't isn't happening like there's people dying you know so it almost like it made me feel at least like I said my feelings weren't validated and I knew that that's how a lot of seniors felt so that's why I wanted to make the video cuz I wanted to like oh the seniors and also like other people that like whatever your feeling is so valid and that maybe it might not be the same as you know as a person's life but that doesn't diminish your feelings so that's that's kind of like thought I that I had when I was making the video but just making like people's feelings known and just like so they know that they're heard yeah that's very nice can you all you don't have to say when I first saw the video your principal sent it to me this is dr.

Thomason superintendent's report of upcoming events Taylor normally this is an extremely exciting time of the year with a lot of ceremonies and and things happening in our district but unfortunately because of the kovat 19 situation we do have a limited agenda of upcoming events but we do want to recognize our teachers coming up next week as teacher appreciation week and that's May 4th to May 8th and we have some things happening in the district that will celebrate some of our teachers on social media in virtually from that aspect our next board meeting it was going to be Wednesday May 13th that'll be here in the governing board room and then we do have the scheduled graduations for higly High School in Williams field high school on Thursday May 21st and at this time I would like to give us a little update from dr.
maureen ruby director of instruction deb Christ BHS principal mark galanba WMS principal Dean Renda HHS principal Melissa labrats Graciano CES principal Mary Rose diamond and the Cape subcommittee second thank you joy so go ahead Jen if you I want to summarize this for us and talk about the work that the Cape committee has done with this okay it is Maureen here Maureen's here all right yes okay so I'm just going to do a like a high-level summary and I think I'll leave it up to Maureen and some of the principles and debits they want to drill down to more of the specifics so the big picture idea is that we all I think know and understand that we're living in very uncertain and different times and what could suffice as grading in normal school times really can't suffice anymore so we have to think about what are ways that we can give students and parents feedback on what we can assess and know and also not disadvantage our students in any way particularly those who might be applying you know to developing a transcript to apply to colleges so Maureen and the principals and Deb really did a lot of research and looked into sort of best practices and what would be the most fair way to assess students so you know just again a big-picture way is the at the elementary school is probably the most difficult because we really rely on our parents to be our partners in supporting our students so the main thing that we're going to be assessing is students participation really did they participate and weren't they at the and at the middle school in high school we're going to be looking more in more detail but looking at a pass/fail way to assess we know that those those students are obviously much more independent and they're able to produce the work on their own but also the reality is that we don't know what's going on in everybody's homes we don't know who has support who doesn't and so by moving to a more of a pass/fail assessment it gives us a chance to assess the students in a broad way but it doesn't disadvantage everybody I think Maureen can I turn to you to sort of fill in some of the specifics that I may have skirted over or any of the other people I have a hard time unmuting myself sorry about that yeah so what I think that you gave a really nice summary Jen and there was it was a pretty long meeting as you can see from the minutes so there was a lot of detail that went into the decisions at the different grade levels in terms of how they were all different and you touched on some of that so I think what would be the most feasible thing to do oh and I also want to go back to and really emphasize the facts that you talked about with student the variables that are involved in individual experiences of each and every one of the students and they the variables are not limited to just access although I want to point out in Access that if there's that there are more than one student in a home and let's say that somebody has four children and they have four computers but two parents are also working at home there's a lot there's got to be sharing of technology there's also bandwidth problems there's parents who are in jobs where they're actually going out to work those students particularly younger students and Mary Rose and Melissa may address this with more specificity but some children are in in daycare situations and so if they're in daycare from 7:00 in the morning until three four five or six o'clock at night they they don't have the opportunity for someone to help facilitate their their distance learning there the variables are so numerous that we do not want to put ourselves in a situation of making judgment calls on on students or for their performance or what they're doing somebody could also be in a situation where a very doting and caring parent or caregiver is at the child's side for you know way way too many hours a day and they are very involved in the distance learning and actually enjoying the teaching experience I'm sure there are hordes and hordes of those people but they're out there and they're trying to be the very best care giver they can and so then how much of the work is being done by the parent or caregiver and how much is being done by the student so we're not really Solomon you know in in our role and so we want to be objective and non-judgmental so I don't know we for elementary we are looking at the K through four grade levels in the same way and I don't know if which one of you wants to speak to that but feel free Mary Rose or Melissa just who won't raise your hand if you want to be the one Mary Rose you're the one so again as Maureen was just describing we're really focusing on just the participation piece of this and it's hard to really make any judgments as Maureen just described I'll go through that again it was well well said in terms of the different family and home life things that are going on and a lot of what we're doing our teachers are working really hard to help create experiences and learning that kids can do independently but the bottom line is they're little and there's lots of other factors that kind of play into that in many ways so again our goal is that we'd have evidence in some way teachers are collecting evidence in a variety of ways they're looking at students not only accessing the lessons that teachers are creating but also accessing our online program such a zesty math and some of the other things that we have access to during this break in school so we're looking for just making sure that kids are somehow being accountable for their learning in some way and then in addition to that it's so if we're not seeing that less than 90% participation and 90% referring to the amount of time we've been out of school so our goal is that 90% 90% of the day's students are participating in some way anything beyond they're below that would be assess of grade or reported as not participating on their poor garden mary-rose can you address how we are doing looking out for Student Wellness in terms of their participation because I think that's really important the work that you guys are doing to track children and make sure that we know where they are even if we don't see their work right so there's a lot of outreach and I know most of the same things happening at huckleberry in terms of if we're noticing that a student does not log in to something so as I said you know either the slides that we provided different different grade levels that have kind of established a different way that they're they're collecting information answering the question of the day so there's there's some way of daily that we're asking for for students respond to the question the day they were to their online program to see they log in for something they didn't just not log in for multiple days in a row or two days in a row then the teacher is reaching out directly to the family and having a conversation and then if it's on three day at least the center scope is beyond three days then I'm reaching out to the families I think my computer might have frozen okay so then if if it's you know three days or more that the students have not checked in then that I'm following up our secretaries are following up on attendance families who are not able to engage it as Maureen Mustaine we have a number of families that are still in daycare kids are in daycare and the kids are at home and during the day and then they get home and just getting that done is not it's just becoming very difficult we have other we've some of our pair is reaching out to follow up with them I just was on the phone today with Kevin Holley we're working on some of our ell families where this year the language is a barrier as well so we're trying to do some workarounds for that as well for those families so again especially at the younger levels Elementary it's it's a lot of engaging with the families to help them engage the students and work around some of those other family barriers and challenges they have so that morning to that know if that's I just wanted to make sure that everybody knew that we were not just saying oh you don't participate to that that you know you're off our radar where were to keep trying to make contact and know why we have lost or they didn't right go to a different state or a different town you know where kids are because we do have a responsibility to keeping track of our students just like we would if they were in school right so we I can say I mean there's there are all I think there's there was one student that we still hadn't had contact from for a couple weeks so I spoke with the mom we have our school psychologist dr.
Quincy speaking I first checkup my goodness is just something that somebody purchased and you know because it looks so professional I thought maybe somebody else had done it except that I could tell by the story and the pictures that clearly it was reflecting glass in high school so how did you develop those skills because you just did an amazing job thank you um I I don't know it just something like my dad is always like film he's so he's always had cameras and when I entered high school I started I don't know like I had a youtube channel so I started making videos and this year I wanted to make a senior video so I started filming a lot of like the rallies like I started filming rallies like last year my junior year so I had a lot of footage from from that but it's always been something that I that I grew to be passionate about yeah wonderful that's great so can we see your video mark can you can you have it play for us does anyone have a link and I can play it off the link for Arturo here do you want us to send you like an email with it or mr.
Stuart thank you I tried to send you some additional information about an hour ago sorry I was so late with it but the Colorado River Area Health Trust Benefit trust has met a couple of times recently and based on the information presented from three companies then selected to move to Kairos because they carry Blue Cross Blue Shield for the health insurance and pharmacy they also elected to stay with business direct direct that we currently have stay with emeritus for dental and stay with them for life insurance and short-term disability and as a trust for the two school districts they can do those make those recommendations to the two boards I sent you a little while ago also comparison the costs are not increasing the premiums are not increasing for dental vision life insurance short-term disability none of those are increasing and the only difference will be in the health insurance when the trust compared the plans between the Maritim which is the current company carried by Advait and Blue Cross Blue Shield carried by Kairos the actual programs that the program that we've been carrying with me retain and the comparison program with Kairos were not very far apart in terms of cost about $4 a month difference but the factors that influence the decision by the trust board had to do with significant difference in the maximum amount each month being paid out for medications difference in the ductal each month or the deductible amount each month but the deductible for the plans and and the ability for Blue Cross Blue Shield to be available virtually everywhere the ambassadors who are the teacher representatives from the various schools who also have the discussions with the trust Lord have been pretty unhappy for a while certainly this entire school year and I suspect before this year with the quality of service from Barrentine and so they were pretty happy about to be considered to be able to consider Blue Cross Blue Shield so the trust is recommending that the district offered the copay plan for eight hundred ninety six dollars a month per employee that employees be able to buy up if you will to the court which lowers their deductible but then they have to pay some money each month to buy up to that point in and then we also offer the high deductible plan HDHP for $1,500 deductible for active I'm sorry but not the others so we would have we would as a district would pay for one plan and employees could buy up to two other plans if they wanted to I'll answer any questions you might have and it would be my recommendation that we improve copay as the one is the plan that the district we paid for at eight hundred ninety six dollars a month we have any questions okay motion to approve we changed the insurance the insurance carriers from Maritain to Blue Cross Blue Shield from as bait to Karros and stay with the vision dental and life insurance we currently have that covered so keep the current others change the health insurance purchase by Jenny Boylan hi brandy du Bois hey Doug let's name all right item 3.1 we need a motion to adjourn I'll second Corey Burgess I'm Jenny Boylan hi brandy Dubois hi Doug Lutz I we are adjourned thank you for a special meeting I appreciated you
you Jenny please join us in a moment of silence you thank you I'm hoping to stand correctly to lead the Pledge of Allegiance I pledge allegiance under God with liberty Thank You mr.
Foley on what we've been doing and working hard on for some possibilities for the graduation and we're not sure exactly where we're going at this time but we do have plans for lots of different situations so I'm gonna ask dr. Foley to give us an update on that dr. Foley thank you with those decisions right now and so first of all I want to start with the fact that first of all our administrators our to Heist our our administrative team all of our administrative team have been part of let's put it this way the number of teams electronic meetings and phone calls that have happened over this hour hours and hours and hours that have gone into plans that continue to evolve and continue to change so again our high school administrator team and then we've kind of gotten down to targeted teams working on different tasks what I'll explain here in a minute so the high school administrators dr.
Glazer is now doing a zoom meeting with that student to motivate you okay a couple times a week so we're really I feel like the I'm established - they're doing a great job of coming together and making sure that we've got everybody doing what they can given their circumstances - to help them through thank you Mary Rose Melissa did you have anything that you wanted to add so it's very similar at huckleberry as well you know luckily we haven't had many families that have it have been off the radar but we do the very same thing at center school we are in constant communication with families that if we notice they've been absent for a few days but you know like Maureen said and Mary Rose said I think for us it's you know having these attendance questions and these checkpoints isn't the you know completing the work is important but for us it's just to make sure these students that are okay and that you know it's more of the wellness piece that you know these children are account for and that they are being taken care of and we know where they are you know their safety is just as important as them completing the assignments so Thank You Melissa rather than move on to Dean and then have to remember if you had questions I'll come to you Dean does anybody of the board have a question regarding what the plan is for k4 that they'd like to ask I guess my question is just just because the motion is to approve updates you know other than the contact is there any update from and from the grading perspective and are things gonna be graded differently or reported differently or how what can parents expect that's that's maybe yes and that's I think just to clarify that rather than giving we can't do our report card as a standards aligned report card can't assess on progress towards standards we typically give the the one through four appraisal of where you are with regard to mastering standards so we can't do that so it's it's participation non participation so that that's what that basically is the sustenance of the substance of what the conversation was addressing so I'm anticipating that when it's all said and done children are we're keeping such good track of the children in k4 and to see that they're participating that their school they're great if you want to call it there how we would be reporting on what they did is that they participated and then there should be very very few instances of children that didn't participate because we're constantly seeking them but it should be clear that that is reporting which is on the report card a regular basis every single day and the principals can speak to this if they would would prefer but I'll just say as an overarching statement we have focused on feedback just which is what we should be focusing on when we're in school but this paradigm shift has really afforded us the opportunity to change how we're really thinking about the information that we give back to students and we are actually I believe this is a true statement providing more feedback now then maybe we would be providing on the ground because we're operating in a different way and so students are getting written and now that we're doing some zoom activity with students oral feedback and because what we want is what we've been talking about for the past three years we want to create self navigating learners and the way you do that is to provide feedback not yes you got it right no you got it wrong but feedback and asking kids to go back and look at their work and revise did you want to say anything about that mary-rose or Melissa so I think the feedback thing is pretty important you know I was saying I think you know at whatever we're being very conscious and aware the same about you know when we're asking students to do assignments we're giving them things to do and they're turning big thing that they're the teachers are really taking a lot of time to go back and do whatever they can to just offer as you're saying that really feedback on the assignment that they're doing and the work that they're seeing students students too so we're trying to be responsive in that way yeah and I would also say to you know in addition to the feedback it's a lot more emphasis on the quality of work as opposed to the quantity of tasks being completed so it is really neat that you know teachers are giving feedback on all turned in assignments whether that feedback is verbal or written so children are getting constant feedback for improvement based on any of the assignments that they're turning in I just want to mention to dr.
Fernandez T I'll look for it again it's on the YouTube channel that I said to Arturo well what we're waiting for that Humana would you like to speak about how you and a couple of friends started the film Club at Gladstone High School oh sure Nathan yeah definitely so it was we our sophomore year we took chemistry with mr. Rogers and we started this like we had to make a short film we had had like a lab so and then like the story was ours so we started we started making the the film and as we started making it and getting script and just filming and directing it it just we realized that like we really wanted to like keep on doing it and we just we I don't know we I feel like we all like that whole group we just kind of fell in love with just like filming and all that stuff so we Nathan and I were really committed to to making a film club so like other people had kind of a voice cuz like um you know at our school there's not a lot of like you know film program you know who's up don't there aren't any film programs so I wanted to we wanted to kind of be a voice for those people that want that are interested in the arts and everything but we don't really have access to that so that's how we we started the film club we got in touch with mr.

Thomason we've had some teachers we've had some instructional coaches we've had Matt marvelling who's our equipment manager at Williamson I'll talk with you about his role in part here in just a second we've had HCP a staff John Percival and Robert Zucker and myself who have been representing groups now keep in mind our administrators have been talking with with student groups we have been talking with our colleagues across the East Valley on a frequent ongoing non-stop basis in fact we'll talk about the one district who's actually put something out that came out this last Friday so that we can talk about how this is evolving but again you need to know that this is the in addition to the world of all consuming remote learning this has been the all-consuming conversation and our here our plan so obviously plan a is here's one thing that our group decided from the very GetGo was that there will be something we do on that day on that same time obviously ideally we would want to hold graduations the way we've always held them as a group to quite honestly and then we were throwing all kinds of ideas on the wall wall you almost have to grieve the fact that this is the reality we're dealing with and how do we honor and celebrate our our class of 2020 the best way we can knowing that all the options we've thrown out there some them aren't reasonable feasible safe and are hard to replicate the experience they don't replace the experience and I truly been dealing with this on multiple levels as a as a leader trying to facilitate our districts conversation with our whole team and as a mom of a senior myself trying to grapple with the loss of this milestone moment and knowing that the multiple scenarios we've worked through are not going to make everybody happy no matter what we do because it's not going to be holding it in the traditional way we have because we can't so again the thought has been around our plan B Plan C is okay how do we then do the best well what we can with what we can and what we know keep in mind we've been talking about this literally on the heels of April 6 we literally got remote learning up and going with frameworks and we started talking about okay so what are we gonna do and how are we gonna do it while the world in New York looks very different than what we know at April 6 with what is Arizona coming with closure with here we are today not sure exactly what tomorrow brings or May 1st brains and even not sure when the governor is going to talk and all of us have different ramifications for this so again knowing that those have been a lot of our challenges we've had potential conversations that continue we've we right now have been working hard on the logistics of making the best virtual ceremony we possibly could we initially started with the idea of even organizing bringing our students in to the HCP a video game and at our very first meeting that was one of the things we were looking at thinking of doing we also were looking at that there were multiple companies every vendor in the whole wide world who has some kind of virtual something has our our contact numbers virtually overnight I have spent hours dr.
Webber part of their reporting is also going to be a narrative comment so in addition to the participation opportu a patient that the teachers will include at the end of the year as they would anyway but it would be a little different obviously but they'll also be putting a narrative coming does that answer the question Rosa yes thank you you're welcome anybody else okay moving on to the mayor mr.
mr. Haig and yeah we just started making short films and just yeah but that's how the whole Film Club started in Menna this is a board member Yolanda Rodriguez Pena I seen your video and your passion I saw your passion I mean it was so beautiful I mean it make me cry someone cry again but I know that it was very touching and I know came straight from your heart it was beautiful thank you for that baby that means a lot because like my goal is to you know for somebody so like are all of our feelings are valid you know all seniors like everyone that's going through like even not even just seniors but anyone who's going through it just to just to like so you know that your feelings are valid because with everything going on it almost feels like guys we should be like quiet about how we feel but if that's not true like your feelings are so valid and however you feel is so important you know regardless of anything that's going on and that's what I wanted to show me I felt it okay I I also want to would just want to tell you too that when I saw the video it it really as a parent of a senior myself I've had you know just a really hard time myself you guys being seniors and being dealt this card that is inevitable and we're all going through this and as I was watching your video I'm reminded of the talent and just how amazing you are and I'm sharing just through video that like you said the valid feelings that in personal feelings that you share and I can't wait to see what what else you come up with because everything that you do is just amazing thank you did you get a lot of hits or whatever they call that the kids wouldn't call it hits I mean yeah because I posted it on my IG TV and then like I don't know like like other other Instagram accounts from like glads don't also post it so like you know it built up but on my Instagram I think I got like 4000 views on my youtube I got I got like oh it's almost at a thousand so beautiful oh the audios in the words we help with the audio oh that's that's another video if you want me to try cuz I think I can share my screen okay you can please let me see if I have the video just online Hey I just can't log into my account at the same times and project into YouTube okay I can try okay I think okay I'm video ready I'm gonna I'm gonna try and share that screen share screen desktop sure can you guys can you guys see my screen now yes okay let me just okay hopefully hopefully it works as I've tried this is my friends and it works hopefully um I think you think it can you guys here yeah awesome okay okay I think I think it's crazy to be experiencing all this this was our senior year and it all assaults over me never once it be imagine let's here with me we came in to see new year with expectancy imagining how we would be able to drive anywhere with our friends going to football games getting more involved in sports and rallies picking our dresses or tuxes for the greatest dance of the year dancing the night away at prom possibly preparing speeches graduation of colleges getting accepted getting ready to make them those memories this year promising ourselves that senior year would be our year for the last I've had different plans and the first Inklings of this pandemic began to occur nobody expected it to impact us the way it did we saw as somebody else's problem until this this became our problem in a few days the world that we knew is gone stay home today governor Gavin Newsom confirmed that California schools did not reopen by the end of this academic year events got canceled there was talk of school being shotgun for two weeks and you eastern into a few months and into a full year GAD sis got cancelled Bally's ounces whose close goodbyes were said masks were put on six feet apart was enforced streets got quieter houses shut their doors you can hear senior yes sucks it almost feels like friends how you going out is nothing but a distant memory but this too will come to pass I strongly believe that things happen for a reason and I also believe that life is now and then if we decide to live in the ifs or the would absorb a s--t will end up hurting ourselves they will also never see what life is teaching us now and we'll never see the good out of the circumstance and it sounds cliche to say but we are distant but connected but connect with those I love the most through screens and honestly those that you still want to do life with is those that you're still in touch with I believe that now we have the ability to be more in tune with who we are yeah we have time to do what we never thought we had time for we have time to do what we love we have time to start new things so yes if you feel like your senior year being able to graduate you know dances do like like they're doing things that you would expect to do is smear was robbed and if you feel like that your feelings are so valid make matter by but I think that we need to change her perspective instead of looking at it as something that was taken from us and you see it as a game that was just something were able to play because honestly this is what we have right now we have more family and we have more time to connect with our friends we have more time to check up on those that we love and we have more time for ourselves the more time to discover or passionate about your senior is gone but our memories aren't you still have so much now so will you choose to focus on what's gone and over with or will you choose to use your time for something that could potentially impact and change the course of your life forever wow that was awesome for taking the time to collect your own thoughts and organize them in a way that can impact all of us it really you know for all the messages we all have heard throughout this time ones are kept in pretty much just doom and gloom but to hear when this speaks to you know of course we all have these feelings but here's how we can change it into something that will make a difference for ourselves and for others is very very back fo and mature way beyond New Year's thank you so much thank you so much yes and it was probably very important to even just one person who was really did maybe if somebody was just feeling that Daddy and they saw your feelings and realize through the same and it's all valid it's okay I loved it yeah hemin and just want to say thank you so much some similar to what others are saying for your perspective you you have a you have a unique perspective that you're speaking from and sharing that here amongst us but then also for your you know friends and and peers to be able to hear as well I'm in fine solidarity and is beautiful so thank you for not only your talent but for you using your talent in such a way that that you know even brings about some kind of hope in and I'm just just incredible perspective to those that are that are going through it with you so thank you and then I guess we're all talking so I'm just going to jump into him in I thank you that was so beautiful it's like Yolanda I was testing up a bit but I'll just say that um I really appreciate this night and it's so beautiful I really can't express how beautiful it is I think it I think I captures how we also so thank you and it just just quickly do so if you're a senior when you know what you're doing next year please share that with us so I'm still like really sure I don't know I I'm deciding between like maybe Iola you know going into like it has it has a good film program so maybe or maybe Cal State LA or Fullerton or maybe a two-year I'm still kind of you know weighing out my options and like talking to my parents about it but yeah like I'm definitely gonna major in film though that's what I'm you know major Kenny I think you need to go to Paramount Studios in producer something already you're so young but your your mind is so big you know it's it's beautiful yeah it's really really nice I think they should be shown at every high school honestly to let the kids know that you know what we feel it we know it yeah right I have somebody real quick it's it's it's an open meeting I have somebody here who would like to say something you know I I just totally off subject but I love it when your children she looking Gabby and Adrian I think that adds so much to our meetings because you can see the human humanity and everybody you know Harry I can bring my cat Jerry if you want me to yes you want to be my god though she's right here you see the dad though okay so I feel there's my dog okay uh well anybody else will have anything to say they're good thank you alrighty um so we will go good luck six point oh six point one this is an opportunity for the public to address her own agenda and non-agenda items individual speakers may be allowed up to three minutes to address the board on any agenda or non-agenda item prior to addressing the board please fill out the request to speak public comment blue card and submit it to the board secretary so here we go mark nobody one all right think of a few seconds for others all right I think there's just one um everyone if you click the raise your hand button then we will take down your names and then you'll be added to queue okay I think there's just one okay I will open up the line oh sorry can you hear me yes all right am i good to start or should I wait a minute or you're good to go perfect all right well uh good evening board members I want to thank you and first of all for the opportunity to speak here I want to also thank our district leadership for their handling of distance learning and willing to work with us teachers and getting input from us on issues whether it's grading ever it might be I want to thank the district for and for opening up those weekly meetings also so that all of us can get together and share our ideas and try to make the best out of this situation also want to congratulate you Nana as a father of a senior who my daughter just heard that she will be doing her graduation on a camera with her cap and gown and just to get the diploma and she is very very disciplined to do that so the pain is real here at this at this house - I do want to bring up an area of concern and that was again when it was addressed at the beginning of this meeting and I understand this is just an informational bit with the proposal k-8 but I am concerned as many other teachers were in our one of our meetings that we had as as a union with the the fact that that was put in there and even build as a k-8 model and looking at Foothill as I was unclear whether it was TK and then middle school or a TK through middle school and unclear but the fact that 712 wasn't even in the mix or figuring out how to consolidate to middle schools was not even in the mix it seemed to really enforce the idea among many teachers that the district has already made a foregone conclusion to go k-8 now that may not be true but that is the appearance that we are we are seeing and it is something that many of us especially in middle school while we're not opposed to k-8 schools per se we are opposed to eliminating middle schools altogether in favor of the k-8 so I can I hope that the board the district we will continue to have discussions on this issue seek input from us as teachers please especially middle school teachers middle school parents and I think middle school is something worth saving and not worth discarding in in favor of a questionable model thank you okay we'll move on next to mix of m-may gear yes please Mary can you hear me yes I too want to thank the board for this opportunity to ensure that all of us get to see the board meetings and participate this way and the board meetings and so thank you very much during this difficult time it is comforting to me to know that we're still doing this even though it's hard so thank you I wanted to kind of reiterate what you just said but more in the sense of open communication and transparency I understand that this presentation from looking at the attachment item 10.2 very specifically as clarified by Linda is about talking about the costs of portals and things like that however if you really look at that item one that attachment has nothing to do with the description or quote-unquote recommendation that is in the item and also when Linda met with us Union presidents union leaders on Tuesday last week to go the agenda this was not attached to that and so we were not told that there was going to be any such review of costs of portables or anything related to quote-unquote that the k8 process and when I say process meaning that how this presentation is labeled and believe me once somebody found this because it was not readily kind of posted since it was not identified as a cap each item on the agenda my phone started to blow up and so I wouldn't appreciate it finding out about this before today or that it was written in a way that was clear so that those people with concerns about the k8 increase of numbers of k eats you know site could have discussed it or showed up and given their comment also the presentation itself has guides v elementary school is named and one middle school named with costs specific to those schools it's very concerning to me that the way this present consolingly put together the inference is that decisions have been made now I heard you say in your comments prior to the beginning of the meeting that or at the beginning of the meeting that no decisions have been me and that's great but when information is presented this way it very much has the inference that it's a done deal and that's frustrating for me on the other end because I knew nothing about this presentation so I would like to ask in the future that what things are communicated ahead of time so that I can field questions accurately and to that it's that these items are presented in a way that clearly designates what the topic is about so thank you very much for your time I appreciate it Thank You Meg okay anybody else setting mark I don't see any more okay so with that we will go ahead and move forward to comments from the board that item 7.0 7.1 comments and requests by the board board member Cruz Gonzalez all right thank you I'll go first I guess um so just a couple things I know we just had a meeting last week but I just want to reiterate again I just I just can't have to under understate how grateful I am to all those all the work that over and beyond that all of our staff are doing to support us I think and every day I hear something else about something wonderful if somebody's doing and feeling like our staff is really going above and beyond so I just want to express that appreciation once more and so and there's a couple other things that I just said I wanted to talk about the first being I think that right now obviously we're playing we're throwing to this crisis situation and we're and you know I think amazing collaborative planning in terms of what we're doing now I I hope that at some point soon we start transitioning to think about what's going to happen in the summer in the fall and the reason I say that there's already been several comments made at the state level by the governor around you know thinking what may happen in the fall and so I just want to make sure that we are prepared and prepared to have those conversations collaboratively so that we can move forward because I think it's just very unclear what what is going what's going to happen in the fall and the other the other thing that I wanted to bring up and I'm really glad that Andrea Perez mentioned graduation and I do think I've heard examples of other districts where they've surveyed the seniors to see what they wanted whether it's hybrid or only in person later on delayed so I'm wondering I know we've already had a conversation than made decisions about that but I'm wondering if there's a way to make sure that we are communicating with our seniors and asking them what they want because it really is their celebration and and if it's already happening excuse me for saying this because I just want to make sure that their input and that we that we have them lead us I think I think Jimenez video shows us that there's a lot of strength and knowledge in our seniors and so I want to make sure that we respect what they want that's it for me yes good evening everyone I want to congratulate um Azusa Unified um Azusa high school and Gladstone high school for three years in a row they're receiving the US News & World Report best high schools ranking the silver medal three years ago that that's really good so I like to think the administration the staff students and parents way to go Aztecs and gladiators and also I wanted to congratulate the students at Gladstone high school had a it was really neat an online certificate of recognition and I they gave a certificate to like 66 students and I want to congratulate those students and it was nice because the teachers all chimed in when they gave her certificate and talked positive points on these under students why they were receiving this award and I and students were also online and they were like you know really happy and saying thank you and and for teachers acknowledging them I think it's really important that we don't forget them just because we don't see them does it mean we don't remember them we need to let them know that you know what they still deserve their awards just like the seniors still deserve to be acknowledged so I wanted to thank miss Bullock administration counselor's concerts chimed in to teachers and students for making this a word assembly possible online and you know um I know the encouraging words did help the students because the teachers are very passionate maybe they're missing their kids now you know and and it's really nice you know I hope to see it someday and again I'd like to reiterate also is to thank everyone you know staff students parents administration board members or or I don't know it's running smoothly because I'm I'm not running the ship so it's easy for me to say what you know it seems like and I'm getting positive from parents and students about you know they're learning and they're picking up their lunches and and stuff and I just again I like to thank everyone it's included and participating thank you okay thank you board member Greer Hey so just a couple things one yeah in regards to our graduating class and what we can honor our graduating class I know that there have been some conversations around collaboration at the city level and so I would definitely want to see us move forward with some of that as well you know for I know that there's no conversation I should say that I say the level about our seniors I'm also wanting us to be mindful of our eighth grade group of students as well and and then yes having that that further conversation from what are the recommendations and what are the thoughts what are some of those options ways that we can honor our our graduating and or promoting classes for this this year then also I was gonna talk here about again bringing forward you know want to make sure that we're keeping the deadlines for our five-year plan in front of us and what that will look like I think that there will be space to talk about that a little bit later when we when we get into the conversation that we kind of started a little bit earlier last thing I'll add is I want I want to share something and I'm and I don't quite have the logistics figured out but but it's something that I want to share out and invite those within the community to be part of prior to all this this you know social distancing and everything happening one of the things that I was wanting to do was was to make myself periodically available you know whether it was at a coffee shop or something to be able to have some conversations and open up to to just have some space that's available for people to come in and share any concerns or celebrate you know whatever's going on and so that has been put on pause obviously because of what is going on but I'm wanting to move forward still doing something remotely virtually I'm sure you already have your fair share of zoom or hangout meetings just like I do and so I'm potentially throwing out another one but on April 11th that's a day where I don't quite have logistics figured out so so stay tuned up I'll figure out how to send it out whether through social media or sharing out some more information at the next meeting but on April 11th I'm in the evening I'm gonna make myself available to just kind of open up to people who might want to share and do that and I commit to doing that periodically and regularly and so forgive me for not having those the details fully figured out but I wanted to at least put that out there to save the date for April 11th it's a Monday in the evening if you'd like to you know just get on briefly or and share some concerns or questions you might have I'll be making myself available online then so that's all I have thank you good evening everyone I'm thankful and grateful to be able to be at this board meeting via zoom I have a question agent you just you just shared April 11th I didn't that's inaccurate Thank You May 11 thank you so much Monday May 11 I appreciate that okay just I was looking I was like wait I wanted to go ahead and also thank all the employees that have been coming to work and doing what you know what's been asked the extra curricular activities that they've been asked to do other than their job we thank thee for everything your commitment to this district and for you showing up to work and really being there because it's all about the students and I really really appreciate you guys and for administration as well everything that you guys are doing behind the scenes it this is not easy for anybody but I know that together as a district we're working together and administration you guys are holding down the fort as long as with our employees and I I thank you for that graduation I think it's it's a topic it's a topic that we need to start addressing what what is that you know look like kind of what my colleague board member Chris Gonzalez said um Kent can we you know talk about postponing it you know let's let's reach out to the seniors and ask them what they would like to do this is their year and just like right now we just saw Humana's video you know what their feelings need to be validated and I I can't even imagine right now being a senior and and going through this and not being able to participate in in in a graduation you know I have the iPad certain people ask me you know do we order our cap and gown should we you know I think it's important that we as a board do have a topic of conversation about this in the next week or two and be able to come up with an action plan to to be able to you know bring forth the what these seniors can expect and you know bring them also and invite them to to that meeting for them to be able to to participate and the next thing I want to do I want to say is I was able to participate in with Gladstone high school thank you to miss Bullock or the invitation to honor the 60 students that were honored by the teachers and the counselors it was really nice to hear you know it wasn't so bad you know zoom and being able to hear all these great things about this individual the individuals that they were acknowledging and congratulating there was an honor for me to be there so thank you I wanted to go ahead and also congratulate the high schools that made it to the US news report that speaks volume on how our high schools are doing so thank you thank you for that I want to also thank nutrition services for the lunches that there's you know every day that they're there for the for the for the families and one thing that I noticed that is new is the paper scan that many families can bring and they don't have to bring their kids anymore so that's something new yay to whoever thought of that I I don't know but mark whoever the police tell them thank you parents are really happy they don't have to bring their children they could just go and it gets scanned and they are they're able to get their lunches I wanted to go ahead also and talk a little bit about no not today but but in this next meeting that we have what is something that my colleague Boardman burger should increase mentioned I had actually about a week ago I had emailed Linda I emailed you with looking at the potential calendar for the Fall at the state level and at the national level you know what does that look like covered b19 along with the flu season and if we can be proactive and looking at that and one of the topics of conversation was starting school earlier you know possibly in July so I would love to invite you know all of us to have a conversation about that what does that look like something that we can I know we can't predict the future but at the same time keeping in mind what the Health Department is saying that this next flu season will we'll have more that it will be around two of koban nineteen so just to keep that in mind how we can protect our students I think it's really really important that we have a conversation about this and invite Jorge I don't know if it's the Union that we need to speak to but like I said it's coming up from above that that we have these conversations so let's see here and also today I want to go ahead also last thing I want to go ahead and touch on that five-year plan I think it's important that we don't start in August talking about that I think it's important that we start talking about this and the next week or two again and Linda I hope please take note that it's really important that one of the things that we specifically asked for was for us to be able to engage the community to to be part of this and I expect and I recommend that we continue with that wooden forward thank you thank you and Kara have one other things Jerry do you mind if I just I forgot one thing Oh already sure so - just one other thing I want to request that we look into so I know the state just got approved for pandemic EBP and so my understanding is that we're able to access that without affecting the food that we actually provide our students so I was hoping that we could look into it because that could just be another source of another source of food for our fans to dn't families and I think because if they're on stream reduce that they get they can easily get access to that so I just want to I just want to request that we look into that thank you oh thank you okay I personally I just like to piggyback on what everybody else said so much work has been done with such relative smoothness smoothness I guess that's the best I can say our staff our cabinet and all everybody else involved I mean with our lunch pickups I see posts on Facebook with our people posting it and they're having a good time doing that and it shows the community I mean imagine you're sitting there and you're with your kids or you get away and you have this person full of sunshine greeting you handing you your meal it adds that extra something community involvement to everybody so I want to compliment everybody on reaching out and you know touching not literally touching the community but touching the community and letting them know that we're here for them so and everybody has done in Excel excellent job thank you okay so next we will move on to item 8.0 comments and reports by student board member 8.1 comments and reports by a student board member cabinet and superintendent so student board member hello I just wanted to comment and say that I've been enjoying and appreciating the time I get to spend connecting with my leadership class at school well not at school but through you know meetings and emails and just the fact that we've been able to reach out and say connected to the student body and as a whole we're all learning how to lead in a different way and I just think it's really awesome so thank you equity the statement about our staff that have been just outstanding in many different ways our teachers I shared with principals earlier today that I boarded thought that working from home would require I would be so so much work and will be going the extra mile and really hard the community is really a beneficiary of this so from high I appreciate some that frequent board meeting that were able to come together and thank you all right so well you asked about the P EDT I wanted to be able to give you the info on that the P EBT will be coming to families in May automatically if the families are required of CalFresh or médicale they will automatically receive it in the mail so can you can you please clarify what PBT means for the people that are watching there don't know sure sure um julene had say it earlier but it's pandemic EBT so everyone who's already on the EBT system they will be getting a key EBT card a pandemic EBT and they should be starting to arrive on May 7th through the 22nd yes the family is not part of one of those groups they can apply to to be added and we will communicate that out through our channels and be working with other organizations to help advertise that and they can get 350 I'm sorry 365 dollars per child on the card so it'll be able to help them with food and groceries thank you said Adam market right yeah Budhan it'll operate just like an EBT card oh so they can use it to get any type of food and any establishment that accepts EBT with this 365 be a weekly or so I believe it is it is monthly and I have another question mark yeah I've question mark so um I think I appreciate the assistance to summoning information but I know that we there are existing there existing methods to ensure that kids are cross enrolled in free and reduced lunch and CalFresh but is there a way I mean I mean II I understand proposed to but is there a way that we can identify those students in our districts that are not enrolled in those programs and do specific outreach to them to make sure that they know that they're eligible to do this as opposed to just doing like a you know to everyone and the reason I asked you today I I fear as well that the same students that were having the hardest time to reach are probably the same families that may not be enrolled in these programs I'll check on the legality of using that list of the contact list so I know there are some limits but I will if we can do it we'll definitely do it and it would just add it would be just agreed to be able to partner with Lake County with the county help but other people like another partnership so that I mean so they may not be just us correct yeah for my other updates echo what many of our board member stated about the hard work that our staffs are are doing so making sure that our families continue to be fed in you know last time are provided an update they were doing it in the pouring rain and now they're doing it in the blistering heat so it it's it's amazing the dedication our staff has and then we're trying to do everything that we can to support them work we're putting up tents were we're looking at other options to make sure that we can keep our our folks safe and and protected so appreciate the ideas and the folks have shared so we we came up or I came up with a QR code system to comply with the regulation that allowed us to serve families that that weren't able to bring their kids to the school and be able to ensure that we were not providing meals to folks that did not have kids or none were we're going through the line multiple times and so it was really a kind of a necessity piece and so that way we could make sure that we're doing that and we used our creative to come up with an idea that would work and simplify it also helps us to tally up numbers pretty quickly and that way we we know where we are in the day mark can you please explain how does it work sure please like neither words they cannot go to Azusa then go to Gladstone and get food again or how does the system work sure so the first time a parent comes into the one of the four sites and they won't won't have a card obviously so when they bring their students for the first time we know how many kids that they have and we tagged that card with however many kids that is so let's pretend it was three and then that parent leaves with their food for the day the next time they come around they will show us that QR code through the window and we can scan it from pretty far away and then we we know that that card is worth now three meals and then if they were to attempt to go to another school site we know that that card already showed up at at a different school or the same school during the same day and so that we were able to keep track of how families are are using this system and so it has helped to expedite the lines so that way there's not as much conversation about how many kids are in the car and it has it is you know help our staff to not have to interact as much face-to-face with with the families so that way we make sure that both sides are art a safe but also the students do not have to belong to a USD correct right yeah yeah and it doesn't have to be a student it could be a newborn infant and zero to 18 years old yeah yeah but it again our our it's not just nutrition services that's working we have a large group of folks that are making sure that we're we're ready for next year that are Manning the phones to make sure that our families can communicate if they're having any issues so it's really establishing a completely different style operation in a short time and our amazing staff has adapted quickly and that's all good evening board staff and audience members I too want to echo just a huge tremendous thank you and congratulations to to our staff to our students to our community it has just been amazing and heartwarming to see the amount of leadership the amount of commitment the amount of growth and learning that all of these entities have displayed and have demonstrated through this time and I just wanted to again show my thanks and my my gratitude for that and I just want to share a sneak peek this is not in any way shape or form a full picture I just want to give you again just a sneak peek of some of the outreach and some of the outcomes that have happened from our from our outreach to parents again not a full picture but we will definitely keep you updated on this data this week sorry not this week as of today we have we have reached out to 188 families who originally had said that they were having issues connecting 28 of those families we still were not successful in connecting with but 70 knows families we have been working with to connect them and were pretty close to being successful with that and the rest of the parents had already connected one way or the other at the high school level led by by Norma and her department and the the amazing teams at the high schools really reached out to our newcomer students there are 71 in total although 71 only 8 we're not connecting to the distance learning and of those eight six of those were because of devices or the Internet two of them had nothing to do with the device or the Internet it was just not knowing how to connect to the Google classroom or to their teachers sites and one still have not been able to to locate so when we think about just in in total right now this is over 150 I'm sorry over 250 connections which right now 29 you know left messages we're looking we're trying to connect but everybody else is on their way to connecting to distance learning so as we get more data on more robust data again we'll make sure that we put that in the Friday board packet and continue to communicate at board meetings as well Thank You Arthur oh and board members and cabinet members and our students while we're in challenging times what I think we realize is that we have so many people to thank so I also would like to thank the teachers the the classified staff who are feeding people keeping our facilities in good shape helping kids learn making sure that they learn instructional aids helping out the principals who are working to coordinate all that and support their teachers and staff at their sites that work is never-ending and you know it's something that I think we can all be very very proud of that we really have been trying our best to live up to the promise of content this learning whether it's in school or through distance learning I'd also like to thank the City Council I hear that they voted last night to prove a partnership with us on science for our seniors and it's something that we had already been talking about in our district so we were excited about it very happy to have a token of our appreciation for our kids and let them know we're thinking of you we care about you I'd also like to thank the high school students teachers and principals who then work together if you put on graduation we also took the very long it should be student driven you should listen to students interests and their preferences and take that into account as we move forward so that's the best we do our best job to help them have a recognition that they remember and will be meaningful to them so we are about that later on in the week and continue to work on that the comments may I be honest and the calendar is something that the district works on in partnership with the unions and so we are looking at a number of different varieties possibilities but also being mindful that we have to we have to watch what the numbers are with code we have to watch to see when is it women will it be safe for our students to come back so that we don't put anybody at risk but that we plan for some uncertainties that could happen when we after we do come back so a lot of good planning and thoughts going into that already I just want to clarify real quick just to start off with perhaps distance learning and that's what I wrote in the email um but just to be able to keep in mind that this for the next flu season is going to be a little bit different so there are a lot of things that we have to have to take into consideration there and then finally just to point out the gentleman here cabinet I go to and his work on distance learning and reaching out to students have been very proactive so that we have a way of making sure we actually know that we're connecting with everybody who is in need of strength and support for connecting Jorge and the work he he will be doing with the calendar and bringing that through negotiations and of course mark and the QR code you know when we first heard from a few weeks ago we heard from nutrition or the State Department of Education that the state had gotten a waiver to provide some flexibility in the nutrition services program while we're in this Cove in nineteen the big caveat was that you had to demonstrate that you are providing these foods with accountability so that you knew who you were providing information there the food - and I appreciate Mike you know stepping right up to the bat on that and coming up with a plan that is workable and recognizes that families can certainly need support and we you know we're delighted actually when the lines are full we know that there's a lot of people being served but we're also I'm very proud that we have a way of doing it that helps everybody realize that we are being responsible with our support and services and funding so thank you to all of them thank you and one more time Humana she smells good I said that was wonderful your your video was lovely thank you so much okay moving on to a new 9.0 report action of closed session matters student matter final set of 9.1 student matter final settlement for office of administrative hearing case two zero two zero zero four zero zero three eight student number nineteen twenty one - twenty-four and do I have a motion I move to approve a move okay moved by board member Greer seconded by board member Ariana's and any discussion hey let's vote hey it passes 5-0 and now we will move on to 10-point Oh general functions 10.1 20 21 through 20 30 student enrollment projections and demographic studies report and invite mark to share with us all the information that we receive from the demographer that we hired to help us plan as part of this long-term planning that we are doing here one of the items that came up by the way is that we wanted to make sure that our guns provided us a solid foundation for future decision making all right can everyone see the screen yeah okay so this is the agreement that we went out for to get ten years worth of projections and to see some of the demographics need to come in for our area our district boundaries and there is a whole report that's I think 80 pages long that's included in this agenda item but I've taken kind of the key pieces but kind of the highlights of the data to show and then also compared it with what we were looking at prior and so way we could see the difference and and make a decision as to where we want to land as far as what we will estimate for our enrollment in the future so as far as enrollment projections you can see the green line which was what our prior projections were before we went out for the study that's that's where we were projecting and which is under what decision insight is estimating which obviously is a good thing and that there's hope that it won't be as low but even when we go 10 years out you know where we're somewhere around 600 kids different right then then what we were projecting before if you look at kind of the shape of the line you can see that it in 20 to 23 there curve right there I don't know if you can see my mouse but is it kind of flattens out for for their projections and that that is you know statistics for you if you look at the rate so there they're saying well we'll want a percentage loss and that that would work when I was looking at it my estimates were a little hired because it it seemed like the percentages were growing and they have been growing so some slight differences there when we zoom in on that you can kind of see the numbers a little bit closer so this is a truncated reports we're only looking at from 5,000 to 8,000 to kind of separate those differences and you can really see where you know they're projections kind of arc up in that 20 to 23 year but you can see that enrollment will continue to decline and and you know significantly I'll stop there and see if there's any questions on the enrollment piece that's the the biggest chunk of of importance for planning I saw one handle yeah I haven't end up - okay oh I'm sorry I didn't see it no I haven't done it yet oh okay I do it daddy first I saw that hand and then okay mark I have a question so you right now you mentioned decision mark wit so what do you what do you mean how so the projection before the decision for but you didn't you didn't share what decision you weren't specific about it so we we use whatever number for enrollment that we choose based off of our projections to estimate how many kids will be enrolled in the district and that then estimates how much a DA we will receive for that year so if we estimate that we had in twenty one twenty two seven thousand one hundred and three kids versus six thousand nine hundred and two and we'll be estimating they would have less revenue for that year if we use decision in sites number then we would be estimating then we have more revenue so so where's what is what line is the one that I mean can you explain the lines because our prior projection we look at twenty twenty-one twenty-two our prior projection was six thousand nine hundred and to the moderate is right and then the conservative so what is the difference between the moderate and conservative I mean the top one the green one is what what the district projected but the actual can you explain that the modern conservative him with the differences sure so the the prior projections are what we have said and we had shared with the board and on a few occasions based off of projections using a weighted cohort average okay and so we're bringing in birth rate data and we're calculating it on our own we went out for a demographic study to see if we could get a more precise estimate or at least second opinion that was something the board requested and that is come back with these red and orange lines so the the red line is their estimate of what would be a conservative number or enrollment they're moderate is what they're saying would be you know I guess more hopeful set of numbers okay so they're their estimate is they're saying is somewhere down the middle there that is where their confidence interval is is somewhere down the middle of that red and orange line so we're looking in ten years even five years we're looking at a substantial low of enrollment yeah yeah even in two years I mean I think 600 600 a lots of pretty significant so that is then Roma piece I saw a few more hints so I'll go with chillin did you have a question I put it down okay in AJ yes so a couple things I think it's important to note so this this study that was done by the demographer looking couple things that are interesting looking at the the larger report on page four at the bottom of page four it talks about summary of average age findings and so it says the average age trend chart shows both history and projection of the know I'm looking at the wrong place excuse me this is the bottom of page five if the percentage of population under 20 is declining as a percentage of the total and is likely that the community will see an increase increase in the more senior age population possibly due to a decline in birth rates it also says in the study area children 17 of age and younger are declining as a percentage of the total population considering the other end of the phases of life adults 55 years of age and older are increasing as a percentage of total population so something that was interesting and it speaks to things that we've talked about in previous meetings that if we look the population appears to be increasing overall but it but it's showing that if you begin to segment different age ranges that we can see where the increases are happening and where the decreases are happening and so this is is showing that the decrease is happening within you know the the group age ranges that we primarily work with scrolling down a little bit further though on the next page there is one exception it does say that ages five to nine that there is an increase looking from 20 2010 to two 2024 can you so can you speak to that and does does that communicate that there will then be a resurgence that we're expecting a researchers to begin at that time or the demographics are the demographers are communicating us if I remember and I see if I can share that screen here you're saying on page four oh I was wrong it's the bottom of page five is the conclusion that I read and but then on page six there is a table that shows is 80 that shows ages five to nine but there's an increase can you see now yes okay so this this is the chart that he's that he's speaking up and so it is showing that the difference and that there would be a very slight increase of early elementary and then a slight almost you know inverse of elementary middle school and then a flat high school in that so I am talking about that and I'm trying to understand how that how this a metal one if there if this means that by the time we get around to this age there will be an up the begin to be an uptick in numbers and then to trying to understand with these slight variations of a plus a percent and a negative percent how that amounts to some of the substantial decline in enrollment that we see across those years yeah I mean it it is such a slight increase I don't imagine that it would amount in especially I wouldn't use the word lease resurgence because it is a one-person increase but it would be interesting because if you kind of look at the facts behind this right so what would that be based on in 2024 we have the birth rate data and the birth rate data does not show in the last set of data that we that we have any increase in birth um so it would be would be interesting to see where that 1% came from so I would definitely not say there's going to be a resurgence of enrollment off of that all right so going to the next slide Adrienne mention this but this shows our population shift um and I thought it was an interesting graph from the study Oh believe you can see it now so it it shows what is that page please this is in the PowerPoint and it should be like page four so that's one two three and four okay thank you so this chart shows that change in the population within our boundaries and this is looking across across the lines it's not just looking at kids that are enrolled in the district obviously with this age 65 but it shows a slight decrease from zero to four ten years from now and this would be you know of the population a decrease in 5 to 7 and decrease in 18 to 24 and then a pretty significant you know 2 percent here and then you see where those numbers are going so the numbers of folks are going in that 65 and older which is something that we've talked about at several board meetings that the San Gabriel Valley and it is an aging population and that you know folks love the area and they and they stay which doesn't turn over housing for new families to move in which shows that kind of shift in population to being [Music] in an older bracket and definitely not school-aged on the next chart this is another kind of interesting fact it doesn't really affect our funding or anything like that um but there was a slight increase in and even though this bar looks big I just I do want to point out it's only one point two five percent increase in the Asian population and a decrease in the white and Hispanic population by you know less than a percent do you see an increase of Asian Pacific Islanders and decrease of others in the area and I think probably attributed to another Rosedale development that has different demographics than further down into the city and I will then open it up for any questions so what one I mean it's kind of continuation of the last question I had so I may have done my math incorrectly so so please chime in and correct me if I've done it wrong but it's it's looking like if we look at the conservative estimate that they or the moderate estimate that they have for us it looks like there's somewhere around the the likes of 20% decline in enrollment that we would be seeing over the course of you know total over the from here to ten years into the future but but we're seeing a 1% what's what's the actual numbers we're seeing a 0.9 and a negative one point two percent we're seeing that decrease how does that one are at roughly 1% decrease amount to a 20% decrease in our student population and students in our district so it has a bunch of factors so if we're talking about you're talking about miss one percent correct um well not the point one but across the board so if we see the point nine in the one point two percent that's it's about one percent across the board for those two age groups okay so this is yeah so this is a great a great question why is our enrollment declining further and and this is where the two worlds meet so we have the demographics which show you know how folks are coming in and out but projections are primarily based off of past and so the past is is what predicts this future and so because we've lost larger percentages in the last few years those numbers are are weighing heavy and the projections that they're putting into this so I mean I still wonder then are there is there in essence 19 percent of decline enrollment that is not account for I mean that's probably not fair to say entirely but but roughly because so I see where one percent comes from but where does the other the other 19 to make up that roughly 20 percent and we don't we don't know yeah we don't we don't know from their study but it is a question that I can go back with and and see if there's some answer that they would provide that'd be helpful where they see those kids going what that was a good question yeah just on just I just want to make sure that we ask that question that we're able to get that answer as well could you please keep us updated on that and include it in the Friday report all right so we will move on to item 10.2 capital facilities projects update so here we are and and can Linda would you would you might open up and sharing even before we get into sharing out of information maybe clarifying some of the things that we discussed earlier earlier in the day you're muted thank you I'm agent one of the things that the board has asked us to do as a as a district is help plan long term where might we be and what should we be considering and that led to the request to provide the board maybe report in basically in September which is called the five-year plan and if I report and as part of that a couple things have already started taking place the first one is this demographic report that is Krish it's critical to have that but the other thing to look at is the information that has been shared with the board in terms of what are the possibilities of how we might look at our facilities what what could work for us what might not work for us recognizing that no decisions have been made and that certainly there's a lot of room for discussion and engagement with the public around this as well as whatever reports can be included in it from the point of view of if if we for example were ever to decide that we want a 712 high school we can look at these projections and there's more detailed reports that that can tell you a little bit about what's the size of the high school population over the next couple years you can look at them and see that in order to do that within you know the next it's probably not feasible to do that within the next five years but maybe long-term if you wanted to go ahead and do it then we would probably have to put some extra buildings on a campus or if we were going to do something with elementary schools there are some schools that need some support with extra buildings and some that don't so the question that is really preparing us as as a board to think about we don't know what direction we're going to go in but we do know that the directions will require some facilities some some buildings the cost of a real you know stick and mortar buildings is prohibitive so we've been looking at a different kinds of portables ranging for s for example the things that we currently have on some of our campuses whether it might be the portables over Mountain View or something that we might have Magnolia or Ellington as samples what's out there that we could consider and to ask ourselves what do we want to do as a district no decision has been made about where we're going to do it or when we're going to do it or how we're going to do it but in order to make any kind of moves later down we have to have a sense of what direction we're headed in which path are we going to go on and so that's the point of this and I apologize that the architects started this quite a while ago it was late and getting to us which is why I was late getting onto the agenda but and they began when at the time when we at the time good six months ago or so the conversation was about well what would it look like what would it take if you wanted to do a k-8 that's just as a hypothetical there when it comes down to real planning they will have to do the same kind of thing for specific specific other configurations but this right now it's just to answer the question or to kind of understand the question really well what could what types of portables are there out there and what should we think about and they've included some cost of you know like if you need a few you know there's many portables is what's gonna cost you just to give the board an idea of what the costs are and Mark also has some information that we received just recently from them about how those costs compared to what the costs would be of renovating or modernizing some of the schools that we have been thinking we would modernize until we ran into this challenge with the decline in enrollment so mark will walk you through some of these things answer whatever questions you have and he'll share with you some of the cost figures for comparison basis to help kind of guide our thinking and our our processing of the information and as we have questions we can continue to research it's more yeah I do what I do want to be careful about just hopping right into it because they're you know so they're because of the confusion that did exist here with this and so I mean do we I know I see do others see how this is I mean how retrospectively the way that this came out is not as clear as it as it could have been whether it's via the description of this item and also the title being possible kk8 extensions so I again I wanna I I completely understand the couple people who came on in Andrew and Meg who came on and shared how the concern at this this came I completely understand that because it isn't clear and so III want to be careful to just not pivot and move right into the presentation without taking a moment to look at the process to this too and then determine if this is indeed something that we should at this time and Mark is prepared to go over that with you and I ask a question Jerry yes please oh okay thank you so um I actually would like to see other options other than just this option when we talk about it and I would also I'm sure some of these extensions will have to do with school bond money and I know I've asked several times to disclose on pyramid that we originally had in place I like to see what projects have been done on this pyramid what projects have not been done so for my own self to see um I mean do we want to spend the money out of the school one for something like this or K to twelve or or whatever III really would like to see what money we used already into this and what projects have been done and what projects have not been done that's like to recommend that please so I think I I think okay okay yeah can you guys hear me alright I am gonna recommend that it's this PDF is very misleading it's it's we're talking about we just had a presentation of low enrollment I think it's important you know in May we you present this possible k-8 expansions just the title alone is very misleading I think it's really important that you that Linda cabinet but it's it's important that I agree with my colleague board member Yolanda Pena that it's important that we also know what has been done and what still needs to be done in the facilities from measure K and we need to reconsider that and possibly you know take a look at that looking at the projections the declining enrollment for the next five to ten years it is imperative imperative that we just do not get a possible K through eight expansion in a PDF that we do the research like you just said Linda you know what does it look like to go to the possibility of going to a11 high school what does it look like to have a 7 through 12 you know option it is important that we get that documentation for us to be able to move forward with our decisions especially because it involves measure cake bond money which is the taxpayers money it is important that we are not being misled that we did not mislead our you know the the within the meetings that one thing is said and then when things presented um at this point right now I'm really confused and I I I'm not okay with this and one of the things that I wanted to bring up is that I like for the demo I know that it's projections from what he a study that he collected the data but I think it's really important too that we we wait for the enrollment of the fall what the actual numbers look like because after this you know after this stay at home order we don't know how many kids are going to be coming back to public school some of the kids are moving into other options because the options are more favorable for them so I think it's really really important we take that into account and that we talk about this as soon as possible and we do get those demographics how many kids are actually coming back to a Sousa Unified School District in the fall so I'm gonna recommend that we we get that and this conversation is not going to be just just one information item and for us to be able to vote on this this has to be a continuous you know a conversation that we have thank you I understand the whole problem with it saying one thing in the k-8 expansion studies I mean that is apples and oranges I understand that that was we were going to get information to guide staff and to what to look into if we ever go to portables I understand that that's what that was all about but yes as far as how it was put here we're supposed to be eating parking lots and bleachers and fields and project close outs and I also agree that if we could get some kind of running tally on what we've done thank you and would you my question right now is actually would you like mark to talk about some of these other items that you're asking about the parking lot this is a high-end less than high school of bleachers and fields and I've said without having something physical to to see like just being shared revenues is challenging I so I would prefer I I think at this point I would still like this update but it does look like we're ready to to have the update shared or for us to receive the update and then as far as the the for the for what the agenda actually says and then as far as the content of this I really request I'd like to suggest that we make some adjustments to this presentation even if it's changing the title and and and making some other adjustments so that when we receive it and and agendize it accurately so that when we receive the information it truly is about the the options of and costs of relocating versus purchasing new portable I think that would be helpful and something else that I want to just make sure that I communicate extremely clearly to anybody who saw this and thought that this somehow indicates that decisions were indeed made and and and and now this is you know in letting everyone enema on the process that is absolutely not the case we we definitely we have September set as a deadline I want to say at our last strategic planning session before we split for with social distancing we looking at the timeline and whatnot that that timeline was moved to September 15th I believe I believe it was there's a board meeting on that day which is the the the the day that we'll have that final thing shared out but the only way that that gets shared out is is by us having series of meetings over the starting you know now and understanding that this last month things happen that we were out of our control but starting now that we have these meetings scheduled that allow for community input for people to speak into their thoughts I want to hear from what are teachers thinking what our what our families thinking what are to our team you know students thinking so that we can have a robust input so that by the time we arrive at whatever is comes to us at on the 15th of September there isn't some sort of unveiling where everyone finds out on that day but that there has been a conversation that has been happening that people have been invited to participate in so there should be no surprises on that on that date of the of the 15th and I'm sure there will be options that are eliminated along the way but as of right now there have not been any options that have been eliminated all options are still on the table and and all you know and we're we are welcoming information insight and data on each and every option in order to to make a final decision after you know the discussion happens later and discussion happens now and the decision final decision happens later this fall okay so I also would like to actually burn the bleachers and be feels I would like to have a hard copy or a PowerPoint so you just numbers at me and me just visualize it in my head it's I just rather see something like that I think that it also be transparent to to the staff and the community because school bond money it's it's it's community funding it's taxes our tax payers but it's also our staff this has to work there I don't work there but they work there so I think I would like to see it MIT I'm sure like them to also see what what we're talking about so can we bring this back and again mmm I'm sorry we kind of make all these little adjustments and bring this back okay all right so how does everybody else feel yeah okay all right you got heads nodding all righty so at this point we'll just go ahead and move on to item 10.3 communications up B hi everyone can you hear me yes all right give me just a second to start my screen share here tell me when you guys can see it sure all right awesome believe it or not this is the first time I've done a screen share on Zune so this is an exciting for me well I wonder if we want to see your face oh you can't see my face oh I can't can somebody see a PowerPoint okay hang on and Lika the presentation at least on my end looks a bit misaligned is it just me or is that others as well help okay I only see the top upper right instead of sharing your screen share the application give me just a second let's end the screen share let's try this that any better no I can get it fine to me it looks fine to me sorry guys um so okay there we go and let me see if I can make it a little bit bigger for you guys all right if it stops sharing at any time let me know I've had that issue a couple of times before on Google week so just wave it me or shout at me and I'll reshare if I need to um it's really nice to see you guys it's nice to see your faces it's been a while since I've seen some of you guys I hope you're all well and safe during this crazy time that we're that we're living in and thank you for allowing me the time to give a brief communications updates you guys I know this has been in the works for a while so I'm glad that we finally have the opportunity tonight to do it in this unique way so I want to be cognizant of a couple of things here this is a this is a unique way for us to give and receive presentations it's a very different dynamic then an in-person presentation where there's the ability to have a lot more interaction and there's the ability for me to read your faces better to know and whether or not I'm answering the questions that you guys have so I'm going to do my best to answer some of the questions that I received from you guys to hit some highlights and then I'll be happy to answer any questions you might have at the end and then if at any point further information is needed I'm happy to come back to you guys like that at a later time or include it in a Friday board packet whatever it is that would be your preference would be fine with me and then I also want to point out that this to me just communications update except for the slide that is primarily on cleaning steam is talking about communications creek over 19 so pre-pandemic all the things that we were working on and implementing and doing for this so the the first time that I came before the board to introduce our communications plan I talked about how I relate everything in my life to running because I'm a runner so as I present this to you guys again I'm very cognizant of the fact as well that we are we are in a a marathon and not a sprint when it comes to communications as a district I've been in this position for about a year and a half now and we have had to all of us as a district as the community parents students you know board members cabinet we've all had to retrain and rethink and reimagine the ways that we are communicating so in essence even though my position has existed within the district before it looked very different than it does now so a year and a half ago we clear the slate and we're starting we starting again and I'm happy tonight to just kind of go over some updates of where we're at with this I want to start out by highlighting some of our successes I think it's important that we just take a moment especially during this time when you know we're getting so much bad news that we take a moment to look at some of the things that we have to be proud of together so look at some success stories we'll go over some communications methods and frequency frequency of communication which is a request I'd receive from board member Rodriguez opinion over some goals and updates which was a request from both number of Christian dollars Cobin and I team a little bit and then just talk about some planes moving forward and how we're gonna move forward and executing I'm continuing to execute on on some of our goals so again just taking a look at some of our successes we have had for a small district a lot of local and national media exposure which one can be really really proud of one of the reasons why I want to highlight these things in particular so you can still see where I highlighted the PBS inside the California Education episode that we had our College Board commercial our Fox 11 School standout spot that was on Good Morning America and channel 11 and then I spectrum news feature and one of the reasons I wanted to point these things out specifically these are not all of the mediax those years that we've had throughout this past year and a half but the reason why I want to highlight these is because these are outside of our normal circle of local news partners we have some great local news partners that we work with they're always willing to share our successes but I also think that's important that we begin to and continue to reach outside of our normal bubble because there are a lot of awesome things that are going on within our district that should be recognized at a state level and at a national level so I'm happy that we've had these successes and you know we had been working on a couple of more surprises pre koba 19 whether or not those will pan out once we go back to brick-and-mortar I'm not quite sure because everybody's gonna have to change operations but we're hopeful that we can continue with not only you know getting local media exposure but also a national media exposure to fun because our students and our staff deserve to be recognized on on that level so those are just some of the highlights from the things that I mentioned all of these things are available or and were available you know on our Facebook on our social media we sent them at least that makes out in tweets and in text message disappearance so that people can can celebrate with us any successes that we have because any success that we have as a success that involves more than one more than my person in would've went pretty and that's one of the things that I love about this position is it's not just one person who's making this happen I'm the one who gets to shout it from the rooftops but we have dedicated teachers and staff and students who are making all of these awesome things happen so we'll just gonna review really quickly the types of communications methods that we use so for us social media includes Facebook Instagram and Twitter we use peach jars or a flyer delivery and then we refer a lot to our blackboard system and I've come to the realization that some people may actually not know that blackboard includes a couple of different components so within blackboard we have our alcohol system our mass text message system and then our parent email system so the employed parent email system works with the same email address in fact each jar works one but it's a separate system from piece charge so we have blackboard parent email and then peach jar email system and then blackboard also includes push notifications to our district app and then we have a youtube channel as well so and then all of these things that I just mentioned our are available and we have a list website can't read about that all of these things that I just mentioned are accessible through the AOSP app so that is one of my my favorite tools for communication because for a parent it's easy for a parent to just go there you can see everything all in one place if your child is enrolled in one in one school you can subscribe to different schools so that you're not missing everything and every email every text messages every push notification every social media post is at your fingertips through the ASD we recently added a couple of things to the app the app refresh is at midnight so and I think that I'm able take effect at midnight and so if it's not already there tonight at midnight there's a new section on the app that linked to the distance the distance learning website or the district so that parents you know if they have any questions it's just another way for them to access - goodness - so many materials to play the next slide this is just a reminder of how we have divided our audience we have two broad loops we have our internal and our extra loop so our internal group includes all a list these staff members then also includes a OSD students and when we when we say any list of students we also have Adult Ed and I know sometimes they need to be left out or or not mentioned but that group I also included our students with our internal or internal audience our external audience again two primary groups time we have parents and community members as one of the groups and then businesses and stakeholders including local local community partners which is homework house might their place organizations like that in our external groups this next slide ourselves a little bit into our communication frequency so again I know I see you guys need 20 not your screams I know this might be hard to see in this way so I will include this from the Friday board packet so you guys can take a look at it and then ask any questions that you might have but this chart was made to just help explain the communications method that we used and I'm the frequency that that we use each each mended so when it comes down to you frequency I think it's important to note that there is always room for flexibility especially in the case of an emergency where they need to operate outside of normal communication happens so our staff email update our Gollum's to send email updates to staff members once pruney one of the one of the issues that we had encountered before was staff member saying we received you know 25 emails from 25 different departments and it's so hard to find everything within our inboxes is case of email overload so we have moved to a once a week consolidated update where any department anybody who had an announcement to make can submit that to the communications office and it can go in the Monday update but that doesn't mean that if something important comes up you know and it's not in the Monday that we're not gonna you know send it out in a timely fashion that we're gonna hold it it's just to hopefully ease up on some of the email overload that that people were experiencing so again I'm happy to include this chart in in a writing or packet so that you guys can take a look at it a little bit more clearly and ask any questions you may have so to get kind of into the meat of things I want to delve into our bowls and then updates on on those goals just just a little bit so we have our first goal that's here on the screen is employee communication our objective there was to establish an effective employee communications plan to improve internal communication and employee engagement and so again I want to emphasize that what I'm talking about here tonight is not all encompassing these are the things that I have you know pulled out after some discussions you know with colleagues that that I think are important things that we highlight so it's in the objective or goal of establishing effective employee communications plan to improve internal communication and employee engagement we have implemented a Monday announcement newsletter to all staff which cuts down as I mentioned on a number of off staff emails I'm sent that email newsletter is called a OST and focus and for my understanding you guys are on the all staff email so you guys should be seeing those I know we've had a couple of problems with the all staff in your head yeah no big issue we've had a couple of issues with the distribution list so I'm actively working on trying to figure out what what those are but aost in focus is something that you guys should be getting as well and if you have not been receiving them again this is pretty cool mid-nineteen please let me know and I'm happy to make sure that you were on that list one of the other things that we did that I think was a big win for us was we reintroduced the tip line that a USC had and the tip line can be utilized by AAC staff students by community members to submit anything it could be a tip on bullying it could be a tip on vandalism it could be a concern that they want to share and and may have the choice people who are submitting tips have a choice to be anonymous or if they would like a response they can include their their content information we have we have rolled it out also with an app there are posters made that were sent to school sites it was introduced to students and we've had some great success in receiving tips and being able to address some pretty major concerns with those students and staff even even things that people may think are unimportant we had a neighborhood report through the tip line that sprinklers were running overnight and since we're not generally on campuses overnight you know we weren't aware and we didn't know that every night at you know 1 a.m.
Carr 0 second second all those any discussion we're hearing none then we will call for the boat this wasn't MS Wilson would you please pull the board for their vote yes sir miss Laurie wood what is your vote mr. Carr all right miss you Jenny I miss Humphries Wilson we're now at item 3.0 3.01 and dr. McCord do you have the floor decrees governing board members good evening to everyone Oh welcome to our meeting thank you for joining us tonight take a few moments and give an update regarding koban 19 in Gilbert public schools first I'd like to start with a remote learning we're currently in the middle of our fifth week of remote learning and everything is continuing in a positive direction the newness of this endeavor has worn off a bit but teachers and students are keeping their nose to the grindstone and doing what is needed to be successful I again would like to thank the students teachers support staff principals parents for their hard work their patience and understanding while maneuvering through this remote learning process your time effort and diligence are greatly appreciated additionally I'd like to specifically thank our technology services department every member of the tech services team has contributed the success of this remote learning rollout not only they provide training for 2,500 certified employees but they continue to bring new thoughts and ideas to the table regarding how to improve the quality of the services we are providing to all the employees of tech services department thank you this could have never happened without you Nutrition Services Department did you know that our Nutrition Services Department is handing out an average of 6,500 meals a day from our eight locations this is an incredible number and I'm very proud and services staff members for showing up to work every single day ensuring that our children in our community have plenty of food during these uncertain times you definitely make a difference I'd like to talk about something that is definitely a topic of conversation right now and that's graduation graduation is weighing heavily on my mind and the minds of our 3,100 graduating seniors we are waiting to see what governor Ducey will announce at the end of this week as it pertains to relax and the restrictions placed on the general public and the number of people that can gather at one time this may or may not impact our direction in regards to the graduation ceremonies in the meantime we've been looking at several different virtual graduation options we're currently getting quotes from professional vendors to ensure any virtual graduation ceremony is of the highest quality it will act much dignity and respect to such a time-honored tradition we want our give our seniors the best experience possible with adhering to any restrictions that are in place I know that nothing will ever come close replacing a traditional ceremony but once we have concrete concrete information we will communicate out from the district level as well as the school level the plan for moving forward with our version of a graduation ceremony that brings the summer school as we edge closer and closer to the beginning of summer we have to reshape our thinking on how to implement our 12 summer school options we generally have around 2300 students attend summer school having that many in a few locations would be very difficult to implement the current social distancing requirements we are investigating a couple different online options for our students that we will be able to implement if that is the direction we go currently the decision has been made to hold all Title one summer school entirely online and again we will make this decision on the remaining summer school options by the end of this week that brings us to school year 2021 there have been a few questions and some people wondering about what will school look like start of the 21 school year we've had discussions and are in the early stages of making plans of the school year does not start as expected and what that looks like for our students and families whatever may happen please rest assured we will be prepared and ready to educate children lastly communication the past couple weeks our marketing communications department under the direction of Donna antennas has been sending out via email a weekly newsletter titled connect create care to our families and our staff the staff new letter newsletter comes on on Wednesday afternoon and the family newsletter comes out on Friday afternoon each issue has a brief message for me and it contains valuable information and celebratory snippets about our students and staff please take the time to read through this as it contains information worth reading and knowing doctor Santa Cruz that concludes my report for this evening thank you dr.
Thomason spent hours of principles of spent hours at night time watching marching order calm but looking at what are some of the university's ceremonies virtual ceremonies looking like we've seen some good ones we've seen some not-so-good ones obviously quality editing and control of the quality event if you have to do virtual is a poor replacement for the live thing but if you're gonna do something virtual quality matters dr. Foley I would like to say one of my favorite ones out there but it doesn't have kind of as is the whole emoji graduation ceremony if you haven't seen that one you should look that one up although we can't do that because it's very cost prohibitive it's over a hundred thousand dollars but they had each student had their own emoji but that's something we couldn't we couldn't do on our time frame our very first meeting talked about that okay we'll start what would that look like how many kids at the time this is ten kids at the time it's ten kids when we were having this conversation a group of ten I mean once upon a time we could do 250 groups of 15 now we're down to 10 well the conversations started going how many people would be in the hcp a how many adults would you need to have there facilitating and how many people would be recording it even thoughts we had with well maybe we could invite the families into the I mean talk about levels of grieving here as we're trying to replicate special safely but what if we bring the family in to have them watch I mean again the amount of hours and conversations of what if what about would we should we what if ultimately principals and teams came back and said for what we will get there the risk benefit factor for quality honestly is logistically something at this moment going into may not sure what the next wave will look like on will we allow to are not allowed to probably can't control that part at this moment so keep in mind at this one point we were like let's bring them all in let's five at a time four at a time parents in the audience no can't do that how would we clean it I mean let me just tell you the exhaust of conversations and anguish we've had because we all want to celebrate our it's special we don't want to be accused of not doing enough for or making it special enough for our kids but at the same time don't want to create a scenario where we create a health hazard that may alter the course of the rest of your human life in a pandemic and global effect that we don't even know the extent of yet so these are the anguishes our team has been grappling with and so one of the things that came up with was our wonderful I mean and again I think this speaks to the heart of our team and ingly was that mark Ling who is the equipment manager at Williams field who has an amazing skill set with computer and design and coding said he had worked on creating these beautiful award ceremonies last year where you could get individual input in an Excel document and pre populate these beautiful slides he says I have I have an idea this might work so our thought was let's start getting kids involved with what we don't know let's start working on because by the time we do know starting to put something together of quality is too late so the idea is let's do something while we're in the middle of figuring out what might we be able to do or not do so Matt created a these beautiful templates with that show their beautiful picture their senior picture with the ability for them to customize what are your future plans who do you want to think so we worked with our canvas team to create an assignment in our remote learning in our English classes and we have a handful of kids who don't have English classes page being one of them who we had to work with how would we get this information from these students but it's an assignment where they enter it in the teachers extract it from canvas it goes over in a file and it creates it automatically automatically takes their senior picture with their student with their information and populates these beautiful slides that have their school logo that could be what would be shown with when their name was read with time obviously going back to the editing of this quality of this because the whole idea of walking was how do cut cut cut but create a quality video that is what if we don't have a kid who shows up where this could be something that would be a solid background something we something we could do while preparing the other thing that that and again having watched multiple videos Alan had said you know one of the things I saw that looks kind of unique was an opportunity for kids to wear their cap and gown was an ending piece with a turning of the tassel and editing thing now some people go that is cute so I'm gonna go oh my god that's supporting you no but this was that here's an option for kids to have if they want to if we if we have a real ceremony great we'll edit it in as the part while they're really doing it if not it gave an opportunity for us to have something again going back to it's really impossible to replicate the real here how do we do how do we involve them with creating a quality piece that we can control one of the things we're worried about is going with a company spending a lot of money having no control over the final product and being held hostage up till the end and reduce releasing whatever you've got so in the meantime using math skills we've had team students may first is the due date from our students on this so we could at least create these beautiful slides but they're gorgeous senior pictures from their yearbook and allowing to customize it their words there should be a video if they want to so again these were ideas that evolved over hours of conversation of what can we do right now with not knowing we don't know tomorrow brings so then in the meantime each principal has customized basically has taken their their commencement ceremony and identified who you know the speaking parts who are the speakers and they're gonna be working with which in recording actually starting today and into the next week scheduling both Williamsfield and haley hi the videoing of speeches the videoing of the different components of ceremony that would have historically happened had it been live so that there'd be enough time to capture it and be sure we edited it those well so again in light of the timeline the idea is is that in the next two weeks to finish capturing all those parts and pieces and we actually created like a little timeline so that the little videos from the students and all these could be edited together so that by the 15th we could see what these two things look like the idea was being that right now we have created a web star on our H CPH cpa TV there are two links it would be the Higley hi ceremony that would be shown at 9:30 as it was historically planned with that link and then at the Williamsfield would have that link now the problem is is this has not been broadcast to the whole wide world because the idea of saying we are canceling ASU before the governor has officially come out and said you can't have large gatherings is one thing but pretty quickly here either as soon as we know we have communication that would say this is what we're doing instead because I know that as a mama who would want to do some kind of an announcement for my family and I would love to be able to put if if if I knew that was happening for my child I'd wanna be able put that link there for my auntie to be able to watch my part if whatever we choose to do so this idea would be these ceremonies that we would be we would have a John and Bob sucker would be part of doing the editing of all these pieces to create the highest quality virtual ceremony with the speakers there is some work being done about the music part how do we get all those parts and pieces and some record it they're trying some zoom style to see best quality what can we do all of these things take time to replicate recreate and edit together because although it will not replace if we're going to do a virtual ceremony one do something vesicant over virtually everybody we've talked to is doing a virtual ceremony of some time talked just this morning again with with representatives from Chandler talked with people from Queen Creek all of them are still kind of holding here but most heard are shy although talked about the bringing kids in most coming to the reality not going to do that because of time and quality issue in some of them may be working with different vendors and otherwise but the idea would be we had talked about to the idea of and again all of our ideas diplomas and programs being mailed to families so that they can get them nice and neat and not crunched in a drive through or get the wrong one nice and neat diplomas mailed with programs the idea that we would refund graduation fees you know you know the idea of not knowing what we don't know what tomorrow brings holding on to your money right now well we don't know if when where who how much are the ideas that we've been talking about as far as this virtual ceremony and the challenges we've been grappling with so what we know is with what we don't know we have begun working through the putting together the parts and pieces of the best virtual ceremony that we can at this moment with all hope that we didn't have to use it but that's where we're at right now president Kaler members of the board I know this is an unconventional superintendents update but I this is a non-conventional time and so I wanted to make sure that we got this out to you as soon as possible knowing that everything that we're doing we're still gonna not make everybody happy but we're still gonna try to do our best we're still looking into a bunch of different options and different plans even if the virtual still happens we still have other things we're looking into also but at this time I would also like to open it up to you you guys for questions comments concerns president Kaler thank you and I hear you and I appreciate all of the work that you guys are doing zoo meetings are hard as soon as someone starts to talk then someone else is talking because it's a delay then everyone stops and then it's all quiet and then they go again and it makes a meeting very very difficult not to mention any background noise any I mean we do all we can we are here because we felt our homes would not work well with trying to do a meeting like this we all know the governor supposed to make an announcement today of what we look like in the near future and our technical stay ends tomorrow so he has to decide something and we can't anticipate what that's gonna be we can make assumptions and we can anticipate I guess my question and it breaks my heart I hear you these poor kids these seniors there there are certain things that are just a rite of passage as you grow up your senior prom senior ditch day your awards that some of these kids have just worked so hard for and graduation and while we have put on great graduation ceremonies we know it's not about the ceremony for the kids it's about celebrating with their friends and they look at each other they could I'm sorry they could care less of any of us up there talking they could care less about the speeches they are there with their friends for a sense of accomplishment and the way all this ended was so abruptly and that goes from our you know our kindergartners are probably having more of a problem with it then our our seniors of not being in school because as human beings were not programmed to just in that we have a process we have a you know there only a week left of school let's say goodbye let's say we'll see you next year and that's hard emotionally for everybody and same with our kids but at some point we have to make a decision and like dr.
Brenda oh so at was skinnier we um we are going to be continuing to since we started March 13th for grading we are can continue to have our assignments on a zero one if they didn't do it or if they did the assignment it's so that's how we're tracking the assignments I think I don't want to reiterate too much of what the elementary teachers talked about but you know obviously the feedback is much more than you would be able to ever get in the classroom teachers are doing their best to keep up with that they've started the zoom office hours also which I think have been twofold has been good for some kids that needed help but interestingly I would say probably 75 percent of the kids that show up for the office of course are there for the interaction in the relationship and something that we spoke to teachers about how students in the surveys and the parents and the surveys talked about they wanting an interaction and it was pretty funny we had 47 is the highest in the first week I think two or one was the lowest but someone had 10 kids and 9 has a 10 kids didn't have a question and the other kids question was just a quick one so again you know her classroom but again the way it will be the grade will be assigned will be either the student handed it in got credit for it or did not and hand it in with a 0 for 1 we do have some instances where students are handing in work and teachers are asking some students to resubmit work forget they get the full credit and I mean that's rare but in instances where you know you may ask a kid to show certain evidence of something in a reading passage and they don't use any evidence from the book so they may give it back and say you know please please give evidence for this question or even in like math obviously they need to show their work so that's something with with the grading part of it the reporting part of it will just be a pass/fail so you know hopefully students will be doing in enough work to be able to pass I mean we really have been the teachers also the counselors the school psychologist the social workers and administration we've been reaching out the students who missed you know a couple days in a row they missed that we'll reach out to the student and and then at a certain point the counselors get involved or administration gets involved we do not have any students that have not participated at all we have every student has participated some more sporadic than others you know but we've done like today I did a zoom meeting with a student because you know he just didn't have access all the time to the computer and even when he did sometimes he wasn't getting things done so we zoomed with a couple of the teachers and got them back on track so that's those are some of the things that we're trying to keep all the kids you know doing what they have to for the distance learning any questions for for Dean on what is happening at the middle school Dean did you say just the participation part of it is going to be pass/fail so they'll still get regular letter grades and all the subjects no it'll be a pass/fail it'll be a period they may right now have just a letter grade because they're handing in certain percentage you know of this so it's almost like it's all based on the total number of assignments by the number of assignments that are completed okay it'll be a pass/fail okay so moving on to high school it gets it always gets a little tricky when we get to mister Belinda things in high school are in terms of grading and reporting become influenced not only by the variables of the students and the type of course that it is but also by outside agencies and so I you had the opportunity to read the minutes we needed to to be really careful to consider what information we had with regard to colleges for seniors as well as for underclassmen because there are things like GPAs and that sort of stuff that really is kind of high stakes and the minds of students parents and post-secondary institutions so the Connecticut State Department of Education has been working with colleges both in-state and out-of-state since this began and we had our first meeting we had a meeting with the associate commissioner talking about you know what what kind of guidance are you gonna give us on grading and they needed to make sure that they had contact and information from post-secondary institutions so pretty much as written in the in the minutes the colleges and universities themselves are going to pass/fail options for students because they're doing distance learning as well they're in the same boat we are and they are going to be accepting and not penalizing students who are coming into college this year and people who have pass/fail grades on their transcripts for courses for this particular quarter or trimester depending upon what the secondary school system is the other issue that we had to wait for unfortunately we got we got the final word last Tuesday before in the morning before our Cape meeting is something that a lot of people made that I think about and it's n-c-double-a and mark and and Steve can speak to that you know n-c-double-a has believe it or not really strict regulations with regards to grades from your senior year for incoming freshmen in terms of their eligibility and they typically have not accepted pass/fail grades in the courses that are on their list of courses that kids have to come in with a a passing letter grade four so they the n-c-double-a approved acceptance of pass/fail grades in the letter came out last Tuesday right before our Cape meeting so that was very fortuitous for us in terms of being able to codify what mr. Blanda and his team felt was appropriate for Brookfield High School you know we looked at all of the information we didn't just look out the window to see what our neighbor was doing because it has to work for Brookfield and so at this point in time I would ask mark to explain what we decided to do for the high school so as always there's a challenge when it comes to high school there's part of me that you know likes the a little bit of simplicity to be able to say pass no pass but it is significantly more complicated than that there's a lot of factors that we need to consider you know some of those factors include the work that kids and students have done through the first three quarters they had done a significant amount of work they've earned grades we calculated a seventh semester GPAs to determine rank for seniors you know and and what I didn't want to be was be disingenuous and say you know well everybody gets a pass so everybody gets a fail because that really paints everybody with a broad brush and you know we're really I wanted to be focused on providing a differentiated option for kids really that made the most sense for them that also speaks to what they can do after graduation what their transcript looks like because it's a pretty complicated process you know and I didn't want to paint a full year's worth of work with AP or an NP no pass or even a pass with distinction that doesn't really give a whole lot of information about the student and what the work they had done we've worked really hard to refine our assessments and the instructional piece that we do in the school so that we feel our grades are pretty representative of a student's actual ability and just if there was too much too much variability with that sort of thing so what we did is we took a look at a couple different things one we realize we need to continue to grade traditionally so right now teachers are grading they're giving assignments and they're actually grading assignments just like they would normally and by normally we're not doing the same workload there's certain expectations that teachers have as to the amount of work they're to give kids based on the number of a days or the number of B days in any given week so students are being assessed and provided feedback in terms of grades at the very least on the work they're submitting what this allows us to do is we took March 12th as the baseline that we created that was the last full day of school we do that as a baseline and said okay while the quarter ended while we were still out of school technically because distance learning began on March 23rd which is a full week later we had about you know almost two full weeks of distance learning that was counted in third marking period and with the bulk of third marking period or third quarter being occurring while we were in school face-to-face as a traditional setting I made the decision at that point that we needed a baseline so anything is we adjusted the distance learning that kids had done their grade is not going to go any lower in third quarter than what they had done when they were in school so a student can be completely disengaged there could be any number of different transitions and and issues that going along there so that all they could do is either maintain or improve their grade for third quarter so that was a process that teachers got to engage in and go back work backwards and and figure out what that grade was the bulk of fourth quarter and while I know we're at this point out till May 20th I know we'll still wait to hear what happens in terms of the governor and the Commissioner as to when we may or may not come back but so far to date the bulk of fourth quarter has obviously been in in this distance learning environment and it may in fact extend through the remainder of the year it really all depends on what they say we've got a little but it's time to figure that out what I didn't want to do was you know given that everybody's situation as Maureen and dr.
our sprinklers we're turning on so things things like that the reintroduction of step one I think has been a great success and I'm looking forward to continuing to utilize it especially among our students as a way that they can report concerns either about you know somebody's mental health or request help if they know if they're afraid to go to somebody face-to-face they can submit a request for help through the tip line those come to me directly and also to a couple people in cabinet and we we address those as as they come in as a priority and then one of the other things that we've done is we've developed a system of social media and web content managers at each site and we provide a training and continue to continue to provide ongoing I'm training support and management for web and social media platforms so this one was a big one for me because again with what the number of sites that we have with the number of departments that we have I didn't want to miss an opportunity to share important information with with any audience and so it's important that information gets out that not not only comes from the communications office or it comes from the district office but that it comes from the site level that principals can share successes that teachers can submit things to principals to be shared on their Facebook on their website on their a YouTube channel if they choose to have one and the one of one of the challenges that we face in that is that not everybody is savvy with you know websites or with social media and so an important thing for for me was to make sure that our principals feel supported and that our director still supported as they're learning to engage with these new pieces of technology I'm not saying that our system is it's perfect and I know that sometimes you know posting on social media for some condition like oh my gosh it's just another thing that we have to do but our community finds so much value in seeing pictures of their students the hearing updates not just from the district level but from a site level so the system that we have implemented so far has worked out really really well I'm proud of the way everybody has jumped in to embrace a new skill and has been patient and willing to you know learn something and make something work that they maybe weren't comfortable with beforehand so it again like I mentioned this communications for the district is a partnership effort it requires partners at all levels and I have been there so encouraged by the way people that are willing to partner with us in innocent sharing successes and struggling to do some of the questions that we have as a district moving forward under my employee communications and an internal communication employee engagement we would like to create an insert and some key messaging and resources for new hires so one of the pieces of feedback that we have heard from the employee side is you know how is it that we how is it that we can learn the culture of the district you know we we come into a new job and we're learning the skills that we need to manage our new job how is it that we can partner in sharing successes and how is it that we can help communicate the goals and the district meant things that are important to the district so I think that's something that we can move to include in in an onboarding process that we can work with HR on moving forward and then also we're member ariana.sea at one point has suggested including local elected officials on a mailing list of aost publications who are current mailing lists generally only hits the city of Azusa and so I think there's value than making sure that we're expanding that mailing list to share it's just art to share our successes look elected officials even if they are a little bit kind of on that on the outskirts of our city limits and then also seeking certificates of congratulations and support from local officials when appropriate they have been really excited to share in our and our successes and it's just another way for us to kind of put a u.s.
