uh to launching our five year uh plan uh for re for school reconfiguration um last night uh we put uh the finishing touches on our team i wanna show uh just a ton of gratitude uh to all the parents that showed interest uh on being uh on this team and for showing up last night to the virtual uh random uh drawing um just a great turnout and i'm just very appreciative of the community uh showing interest in this team um also want to uh let the community know that we will be marketing this pretty soon uh throwing out uh the information around this uh we are going these meetings will be live uh just like they are right now in zoom um and streamed uh for those uh community members staff members uh that want to um you know tune in and see what's happening uh we just wanted to make sure that that um that we announced that again formal communication will be coming out very soon in previous board meetings i had shared uh the the awesome opportunity that i have had to spend a little bit of time with some of our staff members uh in this case particularly monica pringle at the adult school and jenny wiebe at powell since then i've had the opportunity to do this two more times with two additional uh team members one is uh daniel soriano he is a counselor at our adult school got to be with him um for a morning and really get a get a bird's eye view and and kind of get in and see what uh is happening at the adult school got to see his role in terms of outreach in terms of assessment in terms of um analyzing and assessing transcripts just very appreciative of him allowing me to spend the morning with him and get to know more about the adult school get to know more more about him i also had the opportunity to uh connect with uh miss katherine what ups uh she is a high school teacher math high school teacher at gladstone uh for special edu uh special ed and uh our our uh partnership ran the course of two two days uh one day uh we were able to roll up our sleeves uh spend over an hour lesson planning uh a math lesson for one of her classes and then the following week i was able to go to the classroom and see that lesson uh take place live and so again very appreciative to catherine got a really good understanding of cpm good understanding of uh sped good understanding of distance learning uh in no way shape or form um saying that you know i i know a hundred percent but just being able to get a little bit closer i'm just super happy and super uh uh grateful uh that um these uh team members have allowed me the time to be with them um so now i have had the pleasure of partnering with an aea member an afe member an ama member and a csea member and i have let all the presidents know that i want to do this again at the the second half of this year and uh everyone is on board um president uh veronica marillo from csea just wanted to warn me that the next time around it's going to require me not being in a suit uh so looking forward to to that opportunity um you want to echo uh what some of our team members have said today uh halloween drive just want to thank the staff that came together to make this possible over 1100 students served meals that day in addition to that some goodies uh and and again just a shout out to the classified and certificate staff uh that came out uh to make this a special uh event and then lastly just want to give meg zabala a thank you uh she invited us to the cta i'm sorry she invited cabinet to the cta superintendent um meeting uh so we were able to attend that uh this week uh and spend some time uh there learning about relationships uh learning about partnership uh grateful uh that we saw some old friends in uh ed hanowitz and gustavo morales from lmi the labor management management initiative so it was a great time and so just thank you for that uh for that invitation and then lastly i want to join the parade of uh congratulating uh board member uh pena uh in her um her election uh looking forward to uh the contributions of our new board member uh sabrina beau and and also a thank you to um uh candidate helen jaramillo uh for uh for your interest uh and and what you do for this for this uh community uh so thank you all right so on the business team um the last couple of weeks we went out for our listening tour that we're on our road show with and we have the opportunity to meet with uh miss principal clark at dalton and it gave us opportunity to see the needs of her site as well as how we can just better assist her from the business services perspective i'm also want to take the opportunity to thank maria and the nutrition services team for the awesome job that they did last wednesday they really stepped it up and it's one thing when you just assume that you know they have it going on but when you actually see it in operation and they're just getting those cars in there's a robotic system of how many meals you need to just grab and go grab and go it was just amazing and then also i want to thank robert and jose who's currently stepping up in our intimate time while we're trying to fulfill our huge void uh a director of maintenance operations i just want to publicly thank robert and jose who has been my backing at my begging call right now i can call him at six in the morning like hey we have water leak so i just want to thank them and appreciate them and just thank the members of cabinet for their continued support and also want to thank the members of the board um for the opportunity but more importantly um i was with a superintendent ortega last night to with the drawing and it was just nice just to see the community um step up i'm not used to that from my previous district to uh see this outpour of community members just want to help and it's just a different feeling it just gives you that warm fuzzy feeling inside to help you understand why you're here every day so thank you good evening everyone um i want to give a couple of updates from uh ed services first i would like to announce that we have received uh slauson uh feminist have received a 727.56 donation uh for the slauson feminist students to purchase tool kits for their hummingbird robotics kits they have been working on these kits and they have uh tool kits now to be able to to do this in a distance learning environment and so um this uh covina sunrise rotary um they have typically done our operation santa claus and um in uh you know now that we are uh you know in this uh pandemic this is that's not something that they were able to do but um they reached out to us and were just very generous and asked a lot of questions and wondered how how could they help and so we're just really grateful for um their uh their willingness to to continue to partner with us and support our students and so this is a is very exciting um what's also exciting about that is that within their organization they have a couple of women who are working uh engineers and so they have been um attending uh the feminist which is an after school uh engineering uh program for uh girls at slauson middle school and so they've been attending and so it's been a really great opportunity for our students to be able to hear from women who are working in a in a stem field so again just super grateful for our community partners who who are supporting our students also want to give a shout out to mr hartman's stem 6th grade students at paramount they invited they invited me to come and listen to their presentations they the students have been researching careers in the stem field and so i got to hear about presentations of engineers who um deal with big data for example i learned i learned quite a bit i was really really impressed just with the students and their presentations and their excitement about being able to explore different careers and in the stem field also again i wanted to shout out also to angie wright's uh students at magnolia i did have an opportunity to be able to listen to just their authentic stories and just the connections that they were able to make with one another and share and it was just wonderful and a really really big shout out again to all these students who continue to work hard and persevere with their learning i'm just really excited about that so wanted to share that with you all thank you and uh good evening board of education um and community um always a pleasure to come before you uh just a couple quick updates i wanted to say that i was able to join our superintendent ortega in visiting schools he's very generous as well as far as like going in and asking if we're able to go and this is one window of time that i was able to join him and it was really neat just to visit schools and see our employees doing great things working from our offices i saw several teachers teaching from their classroom um and also um being able just to interact with our employees and just see the wonderful stuff that's going on the wonderful work that's going on at our sites um and also just to communicate that whether or not that our employees are working from sites or working remotely i want to express my appreciation for all all the employees and everything that we're doing during these challenging challenging times um i also want to thank the board uh for their their work um i am happy to hear that um mr mall is seeing just the wonderful community that we work in and just the outpouring of support that we have um i'm going on two years and i'm just happy to report that i continue to be reminded how wonderful the district that i that i work in so thank you very much okay at this point we'll go to um 8.0 report action of closed session matters so there's nothing to report so we'll move on to 9.0 general functions uh 9.1 coven 19 update ms gemma hi so it is me again um to talk about the awesome business department that i just love so right now um we are trying to figure out more ways to be more efficient and equipped our sites to be more prepared for when our um kiddos do come back um so right now with the help of the maintenance department led by mr hank tapia i hope i said his last name right but he's currently going around assessing all of our outdoor water fountain stations so that way we can figure out exactly where they are located on campus and we are looking to remove the water stations water i mean water fountains because we know we can't use them right now and either install water refillable water bottle refillable stations which we have at the high school and so we're going to equip both our elementary and middle as well as remove the water fountains to actually install sinks so we can have more access throughout the campuses for our students and staff staff to wash their hands additionally we are acquiring the unified commander thermo temperature scanning system which can scan up to 2 000 people at one time within 30 minutes and we're excited about this because we know this is going to help our students and faculty and family feel safe on campus as they come on our campus and we're looking to install those two at the high school and one at every elementary middle as well as in every front office we'll have a smaller version of that thank you i just want to share a couple of updates that have taken place at the los angeles department of public health number one we have been sharing here at the board meeting that when we were looking at students with ieps and or students who are english language learners that we were going to be capped at a maximum of 10 percent per the high school enrollment uh that has now been changed they have upped that to 25 uh so in a school of 400 uh as an example um two weeks ago uh the maximum amount of students that would that we would be able to bring back uh was maxed out at 40.

all those in favor please raise your hands it is unanimous awesome thank you congratulations everyone [Applause] well my watch says 10 15. um we do not have anything else on the agenda uh before we adjourn for the evening i guess for the board we want to thank everyone tonight administration and staff pleasure give us a great overview of the technology and very much watching at home uh please send in your question to the coverage address uh you know uh dr solomon teamed undressed before next meeting we'll certainly get to him at the next meeting um that being said can i ask one point of information no i really want to send them out sorry please go ahead i do not want cheshire public schools to shut down this winter are you in need of substitute teachers with relatively few qualifications where anybody can pitch in yeah i do i did put out a video tonight to our parents you can see that from our information today i actually substituted in first grade and third grade for a bit to help cover that was enlightening and exhausting but fun anyway we do we can use that because you know i'm not always in a position to be able to do that nor is marlene so you know anybody that's interested please see the video and the email message i sent out today you can go to our human resources website click on the link there to kelly services and i want to make a real point about indicating that you may not be cut out for first grade substitute teaching and that's okay and first grade substitute teaching may be your dream you can have some flexibility and where you want to work so um my weight volunteered in a high school classroom at uh mathematics ironically today um so you know we all have different strengths and you can bring whatever you need to whatever you have to the table that would help us we really want to be able to keep schools open and one of the biggest factors is staffing thank you thank you thank you public service messages sierra while you have a good one [Music] motion it is unanimous thank you everyone thank you thank you thank you bye everybody

why would we open with the school still in the red i i don't understand that we closed a couple of weeks ago we were in the red and we're looking at maybe two weeks from now and we're still in the red why would we open school i i don't i don't think we would i mean if we if if we did i mean one of the things that doctors are telling us and what you know you have surrounding districts what's happening in those districts they're in the red what are they experiencing you know if the experience they're having in the school district that's in the red is that you know they're constantly every day the last minute you get a new call and you're cohorting the kids have to go home and you're closing two weeks and you have complete chaos i have to you know is that better than what we're doing uh maybe not um so you know that's what we'd have to look at that would be the only because what you're hearing the projection of numbers are not going to get better they don't look like they're getting better at this at this point so you know to bring them back to take that risk and that's why i asked the question what would it have what profile would you recommend for us to bring them back well your numbers are going to have to get at least back we were under 26.

uh now with the new uh numbers uh that changes to to 100 so that's just a something that has changed uh the second thing uh that uh has that has changed and that has given us clarity is this idea of stable cohorts uh so what that means is that uh per the los angeles department of public health guidelines right now um we are we are also capped out or maxed out at 12 students per stable cohort we cannot have more than 12 students per two adults or per adult that would be going against the guidelines in addition to that they have really emphasized the word stable so these 12 students have to be stable they have to be the same group of students day in and day out or every other day or every other week whatever that may be that frequency is it has to be those 12.

so it plateaus and then we have other circumstances that's going to keep them safer according to dendon 4 where we have more spacing those are things that we would have to do and then make that evaluation so it's it's it's and when you say two weeks it's very difficult for parents to plan for two weeks that's the other part so can i add some information yes please kathy um so um as the board is aware um we report on a daily basis to the department the state department of health we're required to report for each school if there is a positive case for uh students or staff even though we are on distance learning i'm still required to report those numbers um and so just to let you know in in the last three weeks i have reported 40 positive cases so um you know if we were to come back um we would be doing closures at least every week or even more um just given the number of cases that are out there in the community so that could mean that at six o'clock in the evening parents would get a phone call that for the next 14 days your children can't come to school it might result in 12 o'clock noon you have to come pick up your children we have to close so given the amount of community spread there would definitely be multiple class or building closures thank you kathy and put some perspective on it dr sal can i just comment on the social emotional comment that was brought up earlier yes please so i just want um i certainly understand the concerns of social emotional in-person versus social emotional during distance learning but i i do just want to remind the board that a strong focus across all staff in the distance learning model has been on the social emotional we recognize that as a need for kids we built it into our schedules from preschool all the way up through high school to have a designated carved out time we've provided extensive professional development on sel this year for all staff certified and non-certified and we've also in addition to providing the social emotional or trauma-informed training we've also provided resources and lessons on how to infuse social emotional activities into mathematics reading writing for example so it certainly is something that we've given great consideration to and i am not taking the position that it's the same as being in school um but it is the focus or will be the focus of all our teacher evaluation plans this year um and certainly is a strong focus daily in addition you know the outreach and the connectedness for the community on food internet access housing you name it all the basic needs that many of our families are going through our staff have truly went above and beyond and are are really seeking out and sharing resources with families community members um and uh in fact i i constantly get calls even from other surrounding districts and areas on you know do you know something about that could help a family with this so um all of our staff are really committed to supporting our families um even though um a majority of it is done through the computer or via telephone um which is certainly a different format than we're used to but it is at the forefront of everyone's mind because we need to support our kids whether they're right in front of us or whether they're you know through the computer screen eric has mirrored any comments regarding the teaching piece you like to make yeah i do um you know i mean obviously we want to get our kids back in person that's always a goal um you know particularly our youngest ones uh with the type of instruction that they need um but there's something really uh to be said for continuity of instruction and routine and consistency and you know i think maybe my biggest fear heading into this season is in coming back a bit was you know what would that look like for students whenever there's a disruption in the schedule for any reason snow days or early dismissals you know we always kind of lose ground with kids um in the restart of those modes and so um the one thing i can safely say is that you know i do feel that we have a good structure in place for distance learning right now students are receiving direct instruction from their teachers five days a week um and and you know our teachers are have gotten into a quite a good groove um you know this fall and they have you know similar to the sel they had a great deal of training um we've had more uh meetings uh in professional development this year than we've had probably in five years in the last five years just because we've been able to um build some efficiencies into the way that we're um way that we're meeting with teachers and the way that we're able to do some some plans and so um you know indecision is tough i was on the phone with a with a with a parent along these lines and i think um what was one of the hardest things for the parent was building a child up to come back to school only to have to tell them at the last minute that that wasn't happening um and and that you know they the parent themselves expressed um concern that we would be in a roller coaster situation emotionally and that making sure that we provided some sort of consistent messaging for the kids and to keep keep things moving forward so that we can you know when it's the right time to bring them back bring them back and that was just that was just one parent's opinion but um it hit home a little bit with the with the emotional roller coaster of coming in and then finding out you can't come back in um so you know um the continuity of instruction is key the routines are key um avoiding a little bit of the roller coaster but you know we are definitely interested in getting our kids back in we need to get them in we just have to do it when it's you know safest to do so um so but i do have faith in our teachers with the distance learning they've done an amazing job i'm there isn't a day that goes by where i don't get sent some incredible lesson or an amazing video of students that are doing things that we never thought were possible in this environment so they are growing in different ways and and while there are some definite uh downsides to this we're seeing some things out of kids that we've never seen before um and because we provided a different venue so um you know there's always there are always positives to find in these situations so you know we want to see our kids back uh desperately but um you know when the time is right and this board you know can help make decisions about that thank you if there's no other questions that board members want to ask uh you know some of our board members that we haven't heard from they have any questions if not we would like to sort of wrap this up so what we're going to do is obviously take this feedback think through this and um you know begin to communicate about what we think we we need to do you may recall we did a pause and we didn't target a time but this tonight was very helpful um you could see you know all of the information the data that we uh that informs our decision and we'll use it in making that decision i personally appreciate hearing from all of you um always realizing that all of us have the best interest of our kids in mind so i never doubt that it's just how we get there maybe a little bit different at this point so i thank you for the meeting very much if there's no other questions or discussion uh ask the motion to to adjourn our meeting so moved second second bye catherine catherine thank you catherine all in favor can i hear all right hi hi thank you thank you everyone everybody thank you doctor thank you good night

uh we we cannot bring 12 in this classroom and then mix them up and bring another 12. uh it is a maximum of 12 students per stable cohort in addition they have added clarity that in addition to the maximum of 12 students per stable cohort adults staff can only uh see two of those cohorts two of those stable cohorts so um teachers um can only see one cohort of 12 and then another cohort of 12 for a maximum of 24.

so just want to share um those two uh new developments at the los angeles county department of public health and i'll turn it over to our team who will get more into detail of what's happening with our programs here in azusa all right i'll give i'd like to give an update on think together currently we have 304 students enrolled across seven sites think together has a capacity for 336 students to attend they will continue to accept enrollment until all seats are filled in addition to the in-person programming think together also offers a virtual after-school program in which 62 students are enrolled right now and they do have room for more i want to give a big shout out and a thank you to norma camacho and the entire team at alice they have completed all 170 initial lpac assessments um the that assessment deadline had even been extended and we were able to complete all of those and so now the team is working on entering in that data into the system so we are very excited to report that and finally we are assessments for special education are beginning to roll out uh school sites are finalizing the protocols and the procedures to ensure student and staff safety uh during these individualized assessments and special education teachers may attend uh some refresher training on the assessments that they oversee in the next few weeks initial assessments for students who are not yet eligible for special education services will be the first assessments that will be scheduled for the recommendations from the california department of education thank you and um rounding it on up is a hr and we want to report that we continue to work with our labor partners on covid related matters return to work things of that nature and the hr department continues to hold interactive accommodations meetings with our employees um and we do anticipate that as we start seeing more and more employees come back um in accordance to the the regulations and guidelines uh we may see the need for more of these interactives to be held and lastly we continue to work with our partners at the la county department of public health as needed and as these cases arise that's that concludes my message okay so at this point um any questions comments yeah just a quick question um latasha in regards to the water fountains just out of curiosity is that intended to be temporary or or that we're putting in place as an intervention for a period of time or or is that intended to be a permanent um transition for the sinks they'll be permanent and the water bottle refillable stations but we will not be removing all water fountains from the campuses got it okay and i i'd like to um go back to ms jamal and mention to reach out to the water districts because they do have funds that might be able to help with anything that has to do with water yes ma'am all right and i'll hook bruce up with you anybody else okay um 9.2 in-person board meetings um you're on me mister of course i'm not mute sorry about that um so as we had discussed uh previously uh at the board level uh to begin to have a conversation uh about possibly moving to in-person board meetings we said that we would look into some possibilities and so we um we want to just share a possibility if this is a desire of the board and kind of walk you through what this would look like uh and then we can talk about different possibilities uh as well so we we thought about this kind of like in a phase approach um so that you know we can kind of get good at phase one and then move over to phase two and then possibly a phase three but phase one uh what we were thinking was that uh we were we would hold our our board meetings uh in the multi-purpose room or the cafeteria at sierra high school we would set up the the cafeteria the multi-purpose room there in a social distance manner make sure that we're following all the guidelines and inside live there it would be the board of education it would be cabinet and it would be staff that typically comes to board to board meetings just in case our questions or clarifications in this case that typically are our directors uh we would in addition to um having uh all the proper guidelines in terms of uh social distancing uh we would also employ screening protocols and processes as we arrive to the location while we are inside though for the public it would seem like nothing would change except what they have what we all have a grown accustomed to is is the location where you're at right now so instead of being in your offices in your homes this would all take place from the the the cafeteria at sierra high school but for the audience they would they wouldn't feel a difference they would still be able to connect live they would still be able to participate in public comment and they would still be able to see all of you so we are not thinking that this would be one camera you know one microphone and you know you guys are super small um we we are thinking or envisioning that you would still log into your own device and so everybody would still see you um in in the in in your as as an as and at um as a participant as a panelist uh and they would engage in the same way that we are engaging right now so the only difference again is where we're in person um in the cafeteria and then if we wanted to consider again once we did that a couple of times and it felt it felt right it's going good then we can consider if it pleases the board uh to move into having audience members whether that's uh just for public comment or a certain amount uh a limited amount uh that would again still fit in a social distancing in a social distance manner uh there in the in the um in the cafeteria at sierra high school uh felt that the location there is right by the district office we hold quite a bit of our events there and so felt that that was a first good step now again this is just an idea and i will turn it over to the board to provide input feedback questions or clarifications does anybody have a need comments okay board member pena yes so my question is um directors so well how many people are talking total in in one room in the cafeteria uh probably 20. somewhere around there 20 25 but we would have an option if we want to be there or not correct as a board member that that would be up to the board yes that is definitely an option that that that could be created because my concern is you know we're still in the purple and the numbers are even going higher or up there's numbers going up i should say that i'm sorry and we're we're still in tier one that's my comment okay um board member you are muted couple questions so we we said that hypothetically with this scenario there would be about 20 of us that were in the cafeteria um but that each of us would be hooked up um with our own devices on zoom so just just to clarify and set them clear um how far how spread out are we in this in the cafeteria is like question 1.1 yeah so um that's so first let me let me let me address the we will all be on our own device um so again just had conversations about that again we could move to a one camera system or you know a microphone system that kind of stuff uh like we do uh pre-covered right when we were in the board room uh there's a kind of camera system that that moves and zooms um we just we just felt in terms of the technology um and the the way the experience is right now uh that this would be a way to kind of keep some similarity to it um but the challenges of course and and we would address that by spacing spacing us out um is i mean i'm right next to my neighbor um you know is there feedback is a crossover uh so we we'd all have to be good with uh with muting ourselves and you know kind of doing those kinds of things but but there is that um that you know possibility that that those things uh do occur and happen uh so again there is another another option which is just to move to a a one in one camera system but to answer your question it would be uh six feet or more that we would be separated out well and i think you got to my point um in speaking about the devices and and just the complication with the devices if there were 20 people that were in a in a room and you know having to having those devices um i i foresee challenges you know technological challenges that that would be created by that um it also um yeah it would also if we were going to go about it that way i would even want then do we even if we're going to engage anyhow on zoom then then you know would we i'll join on zoom but together in one room and and if i'm you know if i were speaking to um you arturo would i be talking to you on my screen or whatever be talking to you in person and then some of the delay that ha that happens there so so it just it makes for a a bit of an interesting i i don't i'm not i don't i don't know how i see that um the practicality of that working out uh yes absolutely and the only nuance in in what we just talked about right now it would be the board in the cabinet there would be no no need for the directors to be on zoom because they're typically not on zoom so if they're we were thinking about like a laptop if they had to come up to answer a question or to talk about something so that would be the only nuance but still doesn't erase the point that you're bringing sure okay board member cruz gonzalez so i had some more concerns to adrian especially around the audio piece um um i'm just curious if you've talked to other school districts on this because i think the ones that i've seen it's really just the board and the superintendent in one room and then people come in like if they're gonna do the public comment or give the report can't can't hear you shielani i think we lost you can't hear me heard that heard that can you hear me now yeah yeah all right i took off my earpiece yeah so i'll just repeat what i said i said in my mind i think i was envisioning what i've seen in other districts where it's just the board and the superintendent in the in that main room um and then if someone needs to give a report um they come in give the report they leave including cabinet um if someone when someone wants to get public comment if they choose to do it in person not virtually they come in they give their public comment they leave and i guess that's that's what i was thinking in my mind because that's what i've seen other places um i mean there's a couple more things i want to give other people a chance to share but if um i do have a few other thoughts um so back to um yolanda back to your point about it be us being in the purple tier and and options to to be in person or not um yeah i i guess as a point of principle i i feel like if if we are going to be if we're getting to a place where we're going to be asked you know making arrangements for our students to be coming back on campus and we're asking our you know uh small cohorts and classes and to come back on campus um i think it's um i really think that it's important that then we ourselves be be willing um and understanding that there are exceptions and there you know there are you know um high risk category vulnerabilities you know scenarios and i think across the board those things should be taken into consideration and so there should be options available you know even for those of us who are on the board or or any other you know um group of persons who would be there to be able to join in a hybrid manner where we can have some folks who are in person and some some folks who are online if you know if that's that's the case um but but yeah i i guess i guess i feel um to me we're having the conversation and and we're looking at bringing students and teachers and and other staff back um and if and if we're not ready or willing then then i have a hard time asking our um our you know students and staff and and others to come to come back so um that that's a bit of the a bit of the the rub that i'm kind of experiencing let me uh summarize where i think we're at right now um so maybe going back and rethinking uh the suggestion uh from today and and maybe thinking about uh the board and superintendent um a smaller intimate and maybe allowing uh folks uh to to come in and come out um but i just want to clarify something in that scenario uh we are thinking about a one camera system is that correct yeah okay well doesn't our doesn't i know gabriella has your androids but doesn't our camera have the ability to pan and zoom from the board room yes absolutely no but it's even it's movable i mean we've moved it to other places okay i'll double i'll double check that hey board member arenas i would have to agree i think if we're we're asking our students our teachers to come onto campus uh with precautions and with the six feet rule i think it's important that we also lead by example and if some of us you know if it's uh one of the things that um uh the superintendent shared 20 people but for example just the board alone there's five of us cabinet there's four of you so that's nine um who are the extra people so right now again with his first idea was that directors would be in the room as well and so if i'm hearing correctly a board member grier did you suggest that only board members and uh cabinet be be there or um i don't know that i made i made a suggestion necessarily in regards to that it would make sense in my opinion for it to be a you know smaller group of folks uh sheila nina it sounds like she suggested it being superintendent and board that i think that that's one idea another idea could be the entire board and the cabinet um you know i i think that there are a couple options that we we could consider um so i don't know that i have an opinion necessarily on that yet so so i i would like to to to suggest that perhaps keep the group a little bit smaller and just it be the board and cabinet and start off that way you know start off small and be you know be able to to be uh far apart enough you know keep our masks on and what we need to do um with precautions um and if a board member you know if one of us um decides that they want to continue and zoom i think that we should also allow that that option as well board member pena yes um so yeah my question yeah no i totally understand and we're asking the staff for whomever to come back to to school that you know we should do the same i agree with that but you have to also understand if people have underlying conditions and i'm sure there's staff members that are not working that do have underlying conditions or that are older or that you know have asthma you know we're also allowing that them to work from home also am i correct mr dave or not correct so i i totally understand what you're saying but i also feel that you have to take into consideration the person i would like to see something that is less than 20 people in a room i would like to go i like to go see the facility i like to see how it's going to be set up that's what i would like to see before i would make my decision is there uh at the board level is there a like as you think about this is there a target date in your in your minds could you please repeat that again yes um as we've been talking about this um is there at the board level is there a target date uh in mind um of when when we would wanna you know phase into uh the in person early january because i mean we're already in november and we we're only going to have one what is it uh one more meeting in december um i would say that i i don't i don't necessarily have a target date um i just feel that it's it's important that if we are having the conversation about and we're talking about students returning that we have the conversation about us returning as well um i i guess my mind is that i i would like to see that at the very least coincide with that a bit uh meaning that by the time we're we are asking and and calling folks back to campuses um you know by on on a on a more on a larger scale than we are now where we have extremely minimal you know staff once we start going across the board it's at that point that it that i would want to make sure that we ourselves have these things in in place so i think it's hard to say i think it's even i think um board member ariana's to your uh suggestion around january i would even imagine that it may be even a bit premature to even throw that out as a as a suggestion um you know it's i guess i guess it could be a target but even as a as a kind of a hard deadline would be difficult you know um we recognize that as a as a nation for example we just hit the highest who had you know two record-breaking days where where we've had over a hundred thousand cases um we're going into flu season so so i i'm not i'm not asking or suggesting that we that we ignore some of the realities of what's what's around us um but just that we we have conversations that are in concert with the with each other um i i think that uh this is uh good and i think we can we can kind of take action from here um i heard uh that uh for this first phase uh to limit uh keep it small um possibly as large as the board in the cabinet but not much larger than that um important to the board of education that this be a one camera uh system that we offer opportunities uh for those that need it to still participate via zoom and because the conversation around the date was not urgent then that gives us staff time to to really look into how this would work and then we could come back to you all that sound good okay thank you okay um board member pena do you have any your little hand just want to make sure okay uh item 9.3 board meeting dates discussion approval thank you uh board president bibles vogel um we we for our december board meeting right now that is scheduled for december 8th uh per a change in head code 5017 um newly elected board members do not take office until the second friday of december so for us in 2020 that means december 11th so having a board meeting on december 8th because they don't officially take office until the second friday of december our board meeting has to be passed that second friday of december so we are looking uh for the board uh we are recommending that the board move the december 8th board meeting to december 15th so that it it is after the second friday of december then at that meeting we can do the oath and we can do the reorganization meeting um so looking to see if that is possible uh obviously there are other options that we can explore uh but that's keeping on tuesday moving it uh seems like uh like an easy an easy option uh sheila ning uh board member cruz gonzalez how does this impact latasha how does this impact first interim if we have the meeting on the 15th it actually helps um first synonymous due or before the 15th so we'll be right in line with it so it's okay that we approve it after 5 p.m yes doesn't matter there's no time it's just a date yes can can you provide a little a little more clarity um arturo on we had a conversation at a previous meeting where we talked about um you know it's one thing to have an organization meeting but it's another thing to have like a almost like a pre-organization conversation around some some of the different committees and whatnot i know that you you um surveyed what a district of north was doing and kind of to see if any of those things apply or we might implement some of that um i guess i'm wondering a couple things one how does how does how does this get at that or or or what was the resolution of that if there's any kind of pre-conversation especially considering the fact that one member who will come on is not currently a member now and so how is how does that person give ins input or for feedback into that process um and then uh two does that still if on friday the the 11th is the official um date where in which this this this happens is it not complicated at all that how does that work that there will be four days where there's are there only four mem for board members for four days or is it uh kind of de fact i'm just not sure on that process sure uh let me um address the first part um so yes during a uh board meeting uh we um and we we talked about uh a district uh that has a kind of like a pre-meeting um so thank you to board member chris gonzalez for that i was able to meet with the superintendent and i misunderstood i thought that they had that they did something around organization and committees uh but i was i was wrong on that they only do something around organization they they don't do the committees um so when we when we were talking and i was learning from from them uh their their board by laws are not like our board bylaws where uh our newly elect our newly approved board bylaws which uh make it uh automatic that the vice president become the president that the clerk become the vice president they elect all of their positions every uh every time that they have to do an organization so for them it is beneficial to have a meeting where they talk about you know who should be the president who should be the vice president who should be the clerk because there is not a systematic approach to that and so they have this meeting where they can kind of just you know throw everything out there uh discuss talk what do you feel what do you think kind of get a consensus and then when they get to the organization meeting there are no surprises and everyone knows um you know what's gonna happen because our board bylaws we are not electing every position the the only the only position that that meeting would serve its purpose for would be the clerk position because that's the only position that um quote unquote right someone's nominating someone and we're we're taking action on that but the other positions are automatic per our board bylaws in terms of the committee because again i misunderstood that part uh that's why we have 9.3 on our board agenda next to have a conversation around around um the committees uh i think there was a second part to your question and i i um yes yes yes i remember now um so no i double checked uh with uh two different uh attorneys uh and there is nothing wrong with uh having the board meeting on the 15th even though they officially take office on the 11th okay thank you yeah i'll i i guess i can i can wait for the then the thoughts on committees when we get to 9.4 okay so any more questions comments oh board member ariana's yes thank you i i would have to agree i think it would be in the best interest for us to have the board meeting december 15th um after december 11th and um i've noticed here that there's also a meeting in february that needs that um it's being suggested that we move to uh january the last week of january yeah i definitely wanted to get clarity if we were if we were all good to move december to december 15th and thank you board member arianes uh that was going to be my second uh my second conversation around the the board meetings uh so we um am i hearing we're okay move december 8 to december 15th yes okay and that looks like a yes so i'm gonna go we're gonna go ahead and move 12 15.

i'm sorry 12 8 to 12 15. um the second conversation uh is around our our february governance meeting um right now uh that is scheduled for february 9th and so just throwing out the option of the possibility as uh i've i have had the opportunity to listen uh to conversations previous to me being the superintendent uh and now in this role uh that it might be beneficial to move that governance meeting to january closer so that uh our new all of us actually i was about to say for our new board member but i think for all of us an opportunity to get uh training uh around a board around governance um a little bit closer so that there's not this big old gap uh of being sworn in right uh experiencing my first board meeting and then having to wait to february 9 february 9 for us to have an opportunity to to again uh kind of uh get trained for this board governance uh i would also recommend that we bring in uh someone to facilitate uh this uh this board governance um for for us as a as a as a governance team i i just want to share i think that that i i would agree um to move the governance meeting to an earlier date in january but to to the latter part of what you suggested um doesn't our new legal counsel provide those services yes yes our new legal counsel does provide training for four boards hey any other com conversation okay can we i well in terms of legal counsel can we get do they have i mean i'm assuming they have like a a training that they do so can we get like a copy of the agenda that they would do for their for the when they would just to get a sense of that and whether that i think that would help us decide whether or not that we would want to use them or somebody else who does just governance uh what if i uh do two what if we do a law uh the our our new law firm and uh someone else and just so you we can compare okay so um right now uh because um with availability and everything um i will i will um get back to us on the january um when when that is ideally uh what we were thinking of uh was the um the 19th or the or the or the 12th um but i will i will get get back to to us on that um if we can just take action on the december 8th december 15th uh that would be great so i already have both those dates on my calendar so we already have meetings scheduled for that yeah so we were thinking that it would just be a a flop i believe the 19th was a study session if i'm not mistaken and so we would flip the study session and the governance meeting of course we can just take the february meeting and move it to sometime in january i mean that's that's perfectly fine as well okay but we we generally do our governance meetings like during the day times i'm not even sure if that's feasible with everyone but so i mean because that those are those are evening board meetings okay i'll work i'll work with uh with all of us to to get uh to get that uh scheduled and and how that how that works best but for for now uh can we just approve december 8th to december 15th do we need to vote on it okay do i have a motion i motioned to approve 9.3 to go ahead and move our board meeting to december 15th second second okay moved by board member ariana seconded by board member rodriguez pena and you've already had a discussion so let's vote oh and uh student board member how do you feel about this i approve of it thank you mr arkenberg okay and it passes five zero and now we'll move on to ten point one oh nine point four discussion aboard committees so thank you board member greer for the the segway to this uh board agenda item um again i erroneously misunderstood uh the last time i i thought that uh the district uh did something in terms of committees as well but they do not and so that's why this this agenda item is back um to talk about uh committees and how we go about um appointing and and and representation on committees so i turn this over to the board okay so i'll go and start then um yeah grateful that this is here and and we can be relatively brief um my hope is just that um because we have had uh meetings in the past that i know i've been a part of or even before i was on the board that i saw and and um if we were to just add simply an info kind of time to discuss some of the different committees prior to um um we getting to those items and making motions um that might be helpful i i guess it doesn't necessarily have to be at a prior meeting but again allowing for there to be some space i mean for for discussion for someone to be able to communicate this is something that i would like to to do or this something i've been doing and would like to continue doing that um the way that it is now and per as i understand it anyway and per robert's rules of order um it begins with a motion and a second um where something is already set in place um you know prior to getting into discussion and so i'm i'm wondering if that will just help to um for for folks across the board and especially for newer folks to be able to communicate in um some some desires or things that they might want to uh to try and ways that they want to represent the board can i uh say that uh a different way just to make sure i understood what you just recommended so let's pretend that we have uh four committees uh that we're going to do um the night of the reorganization prior to those action items that there be a a an item that's a discussion item to just discuss the committees we have that discussion all right now moving on to 10.7 uh and then we get to the committees is that correct correct and then we take formal action at that at that point so which will within robert's rules of order allow us to have conversation about the items prior to formal action uh being taken can we also just get a list of the all of our committees and who's representing us where so we understand and uh i think extremely important as well would be what what those commitments are so if they're if you know if it's some committees are every thursday or every first and third thursday or the first tuesday of the month or just what those commitments um entail as well and and actually i would add an appointment or ending dates right because some of them they're not all they're not all time limited but some of them do have like appointments cycles um board member pena and also probably i mean since you're doing that maybe do a little description what does it entail uh to know you know people are interested or not of doing whatever they want us to do right so would would my colleagues agree then if we were to just add an in a discussion item prior to formal action of the committees yes i think that would be a really good idea but i have a question when will we get the list of the committees and um with all the information uh we'll work on that as soon as possible uh we will be bringing committees to the uh december 15th meeting uh so that gives us some time to get that uh prior to to that anybody any more discussion all righty so now we'll move on to item 10.0 consent calendar 10.1 all matters listed under the consent calendar are considered by the board to be routine and will be enacted by the board in one motion in the format following the last consent calendar agenda item there will be no discussion of these items prior to the board or staff or the public request specific items to be discussed if discussion is requested by a board member that item will be removed from the consent calendar and will be considered separately the superintendent and staff recommend approval of all consent calendar agenda items and as we had said before we pulled 10.6 by having motion so moved second ten point one i before bed moved by board member griers seconded by board member ariana's any discussion okay let's go ahead and vote and student board member i approve yay and it passes five zero and next we will go to items pulled from the consent calendar there were none 12.0 now some human resources 12.1 approval of the memorandum of understanding between the azusa unified school district and the azusa educators association cta slash nea aea do i have a motion motion to approve 12.1 i second the motion for 12.1 uh so motioned by board member pena seconded by board member arianes is there any discussion all righty if there's no discussion we can go ahead and vote uh student board member i approve thank you okay and board member cruz gonzalez oh okay thank you my internet wasn't okay and it passes 5-0 and next we will move on to item 12.2 approval of consultant kelly preet mpt resolution number 20-21-18 i have a motion on the floor [Music] okay so i'll take i'll second motion okay board member first gonzalez moved seconded by board member greer is there any discussion okay seeing no discussion student board member what is your yes okay thank you now and that passes five zero and now we'll move on to item 12.3 approval of consultant agreement sheila h walford meth m a otr l dba skills with occupational therapy resolution 20 21 19.

[Music] uh the boy scouts would you like to lead us in the flag the pledge of allegiance yes to the flag of the united states of america and to the republic for which it stands one nation under god indivisible with liberty and justice for all thank you okay are there any additions to the agenda you have a motion to approve the consent agenda don't make a motion to prove the consent agenda item as presented moved in second is there any discussion motion fast 7-0 concerns of burlington ufc 244 patrons have anybody that wants to talk to them boy scouts want to say anything okay uh next on the agenda stay smart okay i didn't know i was gonna have such a such a big audience so boy scouts and all i'm just gonna i've just two things here because i'm old school i didn't i didn't use the technology the wonderful technology available i'm sorry um those are just a couple of handouts um it is stacy and i'm a school psychologist i cover burlington middle school in burlington high school this is my 20th year i think as a school psychologist in this district and this week is national school psychology week so it's recognized nationally it used to be school psych awareness week but they've just changed it to national school psychology week we have a proclamation by the state of kansas for national school psychology week and i just wanted to talk a little bit about my position and what school psychologists do in the schools as part of school psychology week i kind of like to take the opportunity what i tell other schools is to educate advocate and celebrate what we do it's a sort of a unique position and this sheet i won't cover all of it you guys can take that and look it over there's a lot to cover there is our job covers so many different facets it's just hard to cover it all in a five minute time period but you can kind of look at that and see what we do the big things and then the second part is our nas practice model which this is our updated practice model that um just came into effect july of 2020 so this is very recent it's kind of hard to read but you can kind of get the gist of what we do it talks a little bit about what we're responsible for obviously improving academic achievement is huge promoting positive behavior in mental health supporting diverse learners creating safe positive school climates strengthening family and school partnerships improving school-wide assessment accountability and on the back it talks about specific training and part of the reason that i wanted to do this is because there's a huge shortage of school psychologists across the nation and the national association of school psychologists really wants to see a ratio of one to five hundred or one to seven hundred school psychologists per student and that doesn't happen very often we are very fortunate in our county that we do have that we have a ratio of about one to five hundred because we have three school psychologists in our county that's not always been the case we used to have two and we survived with two but with the newer demands on mental health and behavioral issues and all of the things that we see in our in our society it has really made a huge difference to add that third person and also of course now we have the new dyslexia guidelines which are already since the district did the dyslexia training that's already adding a lot to our plates because people are all of a sudden requesting dyslexia evaluations left and right once people were trained they started saying oh that's my kid that's this kid that's that kid so we've already seen those evaluations rolling in so that's a huge part of what we do part of the reason i think there is a shortage is because of the training that's involved so in kansas it's different kind of across the nation but in kansas you have a bachelor's degree then a master's degree then you go on to get a specialist degree and then we have to do a full time semester kind of like student teaching practicum for a full semester that's typically unpaid sometimes it's paid kind of just depends on the district and then in addition to that your first full year of working as a school psychologist is an internship that is a paid internship but you're still also doing university coursework so it's a pretty grueling program and i think that's a lot of the reason that there is a shortage and part of this too is just to get the word out even to younger kids kids in high school looking for a path to go looking for a direction to go it is a good job it's a hard job and there's a lot of responsibilities that come with it and it's a long program but it's it's a great job so we want to get the word out to send kids in this direction because there are very few of our young kids when they're looking for post-secondary there are very few of them who look at this who really know what this is as a field we also have in kansas we're very fortunate through emporia state we have what we call the wasp program that is work authorization so someone who is in a related field social worker special education teacher maybe clinical psychology can apply to a program through emporia state and kind of take a fast track to be a school psychologist in the state so they have to fill out an application then there's some specific coursework they have to complete then they can get a kind of a quicker faster certification license while they continue to work and get more experience in the field and that's been a really good program the problem is we need more like we have just a few slots a year and so that's not filling our slots fast enough so any the state has anywhere between 20 and 40 openings on any given year in school psychology it used to be closer to 40.

have any call to the public that we know anyone on the call Super okay hello everyone we apologize to the scre are not so we at Dart over there okay so El update congratulations to our returning board members President Andrew MCG member sh and member Richard um looking forward to our continued work together and serving our Continental students staff parents and community and to thank you I have purchased little handy dandy Continental cult um face masks for you so please wear them with pride wherever you are thank you and I will tell you about the thank you cards a little bit later um proposition 44 override so apparently there's a glitch in the computer reading ballots ballots are being rescanned and we should receive information on Thursday or Friday um I received a message today that we have a webinar scheduled tomorrow at 10 o' with rad Nelson the director OFA County elections um on composition and 485 so I just heard from Mr Chuck wonder and he said that he heard it was going to have to be a manual count and so I guess we'll know tomorrow um apparently we are going to be able to be present to observe this process but I will have more information um after our meeting our board member wrting results are expected after November 13th so we um don't know who will be our new so I will keep everyone andd as I receive inform proposition 208 with the passing of proposition 208 the estimated amount of Revenue that this would generate for Continental would be approximately $47,000 um and they are giving us the formula what we're going to put in um it's telling us where we can spend the 47 whether it's par whether supplies and materials and what is going to be going towards teachers counselors Etc um as this is just an early estimate well we also do not have a time table as to when these payments will begin our best guess um as of today is that this would not start to come until the spring of 2022 and the date is courtesy of SAS and the amount is courtesy of AA is that a one time the life of this bill or it's supposed to be done in two payments annually um covid-19 update so um I'm sure you received your emails this weekend as we were trying to keep staff and parents and board members updated um so uh we had green valy news come on Friday um and she wanted to do a report on the covid-19 measures that we were taking in terms of um safety for our students we walked around campus and it was great to see smiling students behind masks learning and happy to be in school adjusting to The New Normal so I was um again very proud and reassured that our teachers our students are um taking the mask wearing very serious reminding each other PE students kids at in the cafeteria and at recess so I really applaud all of our staff members and our students for doing due diligence to make sure that we are keeping safe we met with our student advisory kids and the kids are also saying we do not want to go back to virtualness you know so they're they're saying we're willing to wear a mask and keep them on forever if that will help us um not close our school down and have to go back to Virtual so due to the recent situation of the two asymptomatic students who tested positive we closed one first grade class um teachers and students along with 20 siblings will quarantine for 14 days returning after Thanksgiving break um mrsas Mr Nathan and I made personal calls to the families last night and all of them were very appreciative and in agreement that we would um rather a on the side of caution 102 students absent today we currently have 66 students out for either isolation or quarantine so 36 additional students were absent today that were non-co related and I just put attendance there for you to see what it was on Thursday and Friday our current enrollment is 488 students in person and 112 virtual preschool we have 24 in person and 12 virtual the preschool students come session so there's six seven and I think eight in one class total enrollment prek 8 is 637 so here's the slide that you've seen before in our enrollment update you can see in September we were down by 66 students that's the last line on the right on the first block on the second line you see that now we are down 54 students from where we were last year at this time technology update exciting things have been happening we've been working with the Better Together Coalition um connect our students and um the AA American Association of University women to obtain donations for student Chromebooks um today Continental has received $1,594 in donations and um Mr Schubert was contacted by a gosh maybe in six eight weeks six or eight weeks ago and they have just gone and have advertised have personal donations family members donate so we're just super excited we had Trio call us in the summer and asked what we would need and we said we needed money for devices so we got a check from them uh we're just super excited with the money that's coming in for chomebook so with additional fing we'll be a books for our Kinder first grade students in addition Albert do you want to cover this piece to work so in addition to the donation another part of connect our students project is looking at actually connecting our students it's one thing for students to have devices whether it's personal devices or School provided devices if they don't have a reliable highed internet connection it really doesn't facilitate their their learning after school hours they on site and they have access to stable internet so um the second part of the better together and connect our students is uh focusing on those families that don't have adequate access so we're going to we're looking at two routes here we're looking at the more urban kids who are in the cops service area and connecting those families with the connect compete program so that one is part of the everyone on organizations which helps provide low uh lowcost internet access to students if they qualify usually the main factors that if they qualify for schools for the pr reduced lunch program they will qualify for this program U because of Co cost Communications has removed some of the restrictions that they've had where some of the parents couldn't couldn't qualify for it even though they financially qualifi for it so there The Better Together Coalition with along with United Way and some the food bank and other or Oran have gone out and received donations to have a starter fund where what's going to happen is the organization is going to pay for their service for the school year so we'll get we'll identify families we'll ask families if they want to participate if they want to participate we'll move them over to the appropriate people and organizations to help them get connected so they can get service once they do that uh the cost for The Connect compete for cops a month for internet and right now uh as they're looking at the budgets they're going to determine a fin the number distance between us and so Unified School District so they will divy up the funds proportionally based on of the number of kids and families that want to participate in new qualify for it so with that that covers the urban kids oops sorry go back um we do have kids both saita and Continental we do have kids that are out where it's not covered they can't get vsl from cry link cell Hotpot service and we've run into that doesn't quite work with the hotpots we have they get access it's not reliable it's kind of isy on that so Scott Bo from s un School District his portion of this project is working with the wireless internet service providers ofet Communications and I don't remember the other one off top of my head those those two wireless internet service providers focus on those rural or hard to get areas with wireless internet so they have antennas Towers on various locations and other to in order to get signals to families they don't take part in everyone on or the connects compete so their service is a little more expensive but what we've done is we've negotiated with them so they can uh cut some of the installation fees some of the connect fees and then even drop the price of their service and then uh the once we have our budgets of the funding in then we'll work on paying for service for those families as well that don't quite can get the urban urban service so um we're working on forms and portals uh for the parents those will be going out sometime this week to next week we will be sending a a survey out to our families to see one is information we need anyway uh but the FOC what kind of Internet service they have if they have service obviously if you don't get them back with some paper surveys out those people probably don't have service and if they have reliable internet service number of kids using the internet that sort of thing at home what type of devices um and then that'll be part of the data that we collect in order to help us identify which families truly need adequate internet service um so the other thing that we're also looking at which would help identify families in need is partnering United Way of Southern Arizona with their cradle career project so that helps identify and track students as they move along from kinder all the way out into into college and Beyond so and it it really looks at all the same kind of data that we're looking at right now for for the kids what kind of access do they have you know for their opportunity to to achieve it's closing an opportunity Gap not necessarily an achievement Gap because kids and students can achieve they just need the opportunity to by providing this type of service to them we're going to give them an opportunity so that they can be on point with their peers thank you Albert and also um Michelle Phillips from the uh Creer Green Valley Foundation has been essential in getting uh private donors to donate money to us as well for home books so again just another um example of how dedicated our community members are and how they definely for our students to ensure that they have chome books so thank you our professional development book studies as we mentioned in the summer that we paid teachers during um School closure to participate in some book studies so miss Von thank you she was the first gr soul to present along with Mrs oberson on their book boosting brain power um at a staff meeting so thank you Jenny and we have the other book studies scheduled so it was very refresh to um again remember some of the things that we lose sight of and in terms of keeping young children in music the benefits of that which we know that our students can benefit from Fine Arts um so thank you that happened um say no to dry Spirit Week there's some pictures there Colts have spirit so um there's our students and some of our classes who were dressed up and in red for say not to drugs we had superhero day we had your sports team day very fun time there's some Halloween fun and I hear that there was a witch riding around on a ghost and two people on ostriches and an administrator riding around on a bull that day so kids enjoyed themselves as well our outdoor musical playground we are super excited about this um if you remember rotary um by the rotary wrote a and uh National rotary match the fund so we had $8,000 to complete this project uh and you'll see and again thanks to Mr naan Mr Ferguson um Mr meren Ray I mean poor Steve lean is Jack of all trades and you know he goes to get the Jackhammer and is doing all kinds of things around campus that are needed but our rotarians came and helped assemble them and then on the bottom you see Mr mer who is um teaching the students talking to them about the equipment and Mr meren also took the preschool kids into the whale drums um the Kinder kids into the preschool playground where they demonstrated the whale drums which is fun as well so we plan to do an official ribbon cutting once we get the the the piece that's that we're going to label as the rotary musical playground area hoping that that will take place December 7th before at 55 teaching and learning just a few samples of resiliency at its best we have um there on the left speech services and action so you see our speech teacher there on the screen and the student sitting there with one of our preschool paros um just standing on the sidelines making sure that they can connect our kindergarteners were assessed online um with the new NWA map assessment so thank you to miss and miss romanelli and the Advent team and staff for your patience and going in but our kindergarteners surprised us because they are truly digital Natives and they were logged in and going before we could even go around the room to help them they were well on their way taking the test and again there's another picture of preschool rocks thank you Dr Jenny vson and staff for continuing to allow the kids to explore and wonder and I had to put that picture in there because that's my granddaughter and with the magnifying glass that she's never used in her life so you see it totally up to her face but one of my favorites so thank you um the Arizona Association of Laino administrators and superintendent mini virtual conference occurred yesterday and today and um it was attended by myself Mrs quas Mrs Sable Mr B Mr Mangan and um again as I mentioned I'm the president elect of this Association so next year I'm going to depend on my team to to help us with the annual conference that's planned we do have we're hoping to have the an actual conference in February but again when we look at the the AA mission to promote effective leadership that produces the best outcomes for all students so again looking at eff leadership best outcomes in all students and it's really great that our leadership team we're small and it's really good time to network and get different ideas from other administrators uh the national anthem was sung by Copper Canyon High School symphonic choir oops there's vs missing from TOs and Union High School and it's amazing what the kids are doing even virtually because all those kids were in syn and they were singing it from their homes it was just beautiful we also did a student panel with four students who are attending U OFA ASU and Stanford they shared their stories and their challenges with the Educators which I think is the most powerful because our work is to prepare students for um for college and Beyond and interesting that we're talking about technology and connectivity because one of the students from Rio Rico um we asked whether she felt she was technologically prepared to go to college and um during this Co time and she said that she wasn't but she didn't blame her school because she knows that um they are um underfunded that they don't have the funds that other schools and other districts have so she was quick to say that's not the school's fault I know that we're in an area where there isn't a lot of money so I think these programs with um you know connectivity are super import because it is about equity and making sure that kids have the tools that they need to succeed so it was a good it was a good experience the last two days National thank you letter date Friday November 14th um teachers have in their boxes five postcards and you each have five as well we'd like we're thanking our heroes whether it's your parents your students our military anybody out there that you wish to thank if you would like to fill out card we can send it from here you can send it yourselves but we did make the Arizona Republic um with this project and again thanks to Mr crew peit who will help us keep Continental in the Forefront um even though his son is no longer a continental cult um that's the poster that's up and around and again our postcards that we have um also our students will be featured in Green Valley News because they came and the students were reporting thank messages that will be published as well Continental celebration Plaza so you I don't know it was kind of dark when you all got here today board members but Mr laan again worked probably I don't know 20 hours over the weekend on this with Mr paitz um it is an Eagle Scout project um that cter pitz is doing and we would like to do an official rib cutting also on December 7th before the board meeting and we will be getting more bricks um that you can purchase and personalize available it looks great so thank you to our veterans again our rotary recognized our veterans um last Thursday and as I see their picture there's some of our biggest supporters who are substitutes volunteers who um came and helped with the musical playground and who continue to support continental and I know we have our very own also um on staff that we'd like to thank and uh we had Mr meren put a little video together with our fourth graders for our veterans and he worked with the builders Club so we're excited about what the builders Club is doing for Veterans Day as well yes [Music] your is my and U we purchased a new iMac computer for Mr meren to be able to use along with our a club and you can just see the amazing Clarity and the quality of the video so we're super excited I did Miss's email to you which has the video on the on the bottom and some more information for you to kind of share as you wish so as a reminder this is not the opportunity for questions but if you have specific questions or items you'd like for me to report on or to put on our next meeting agenda please let me know and we will keep calm and stay on thank Youk you okay and Mrs is playing Miss Molina right now I allowed her to do her presentation from there since we have the screen there if that's okay okay so this report is basically focusing on the map growth testing that we've done we're not completed with it yet Miss Bertha M and Miss Roman Al all our on-site makeup tests throughout this week and we're hoping to be done throughout next week by the end of next week with also our um digital students makeups so for K first the reading test K through first grade took one reading test and one mathematics test second through 8th grade took a reading test a language test and a mathematics and like I said we're still completing testing throughout this week and it looks like while into next week as well uh I will be explaining going through some snapshots of data with you and you will see what's referred to as a RIT score and I did want to just explain that the RIT score stands for rash unit and it's a measurement scale but this RIT score was developed by the the those who developed map growth and um the original in and this is exactly from their website too Our Best in Class scal scale continues to deliver results Educators trust the original nwaa assessments gave teachers data they could use to inform pass instruction our Founders created the RIT scale because they required a consistent precise tool that would provide accurate measurement of each student's academic growth today our mature stable skill continues to support the strength of our math assessments by supplying Educators with the valid reliable and predictive data they need to make a positive difference in every stud learning in gr and it's based off of all of the students who are tested across our country so that's how they Bas get their means and but I wanted to discuss that because in the coming months when we go over data you're going to see the RIT score on on the data that we're presenting and I just wanted to give you some background on that for right now you'll also see standard deviations that will show up on the data so will our teachers and we all are working better understand the RIT and the standard deviation as we move forward with discussing our data analysis and I just put you know understanding standard deviation which you'll see on the data is SD and um it it revolves around the standard deviations and the means of measurements that we utilizing to see our student growth and I wanted to show you right now a quick video of about the reports that we're going to be able to give to our families [Music] hi I'm Tammy Hunter I'm an educator a parent and a designer on the nwaa professional learning team I'd like to tell you about the math growth family report I'll introduce you to the report show you where to find it and offer some insights as to how you might use it to guide conversations with your students families family report gives you an opportunity to share math growth results with your students and their families this report makes it easy to see not only how students are achieving but also how they're growing let's take a closer look for each subject your student will receive a score on something called the RIT scale the red scale is unique to nwaa and is used to assess students from kindergarten through high school it's especially designed to measure growth over time the solid line on the graph represents the student scores the dotted line represents the NW EA Norms these are the typical scores for each grade level subject and season for students across the country in this example Christopher is a fourth grade student who took the math growth reading assessment this fall Christopher score last fall was just below the dotted line his score went down one point between fall and winter but then he showed fantastic growth between winter and spring 17 points he dropped a couple of points over the summer which isn't unusual Christopher's current score puts him at the 50th percentile which means that his score was either above the level of 50% and reading the achievement data tells us how Christopher is doing each season to get a more complete picture of Christopher's progress we can also look at his growth over time the growth section shows Christopher's family that he's at the 65th percentile for growth in Reading which means that he grew as much or more than 65% of similar students across the country this is something you get excited about the report also includes projections which tell us how Christopher is likely perform on future assessments like the test older students will also have projections for the Act and the SAT exams although Christopher score reflects is above average growth he's not on track to be proficient on the state test as you review the projections let families know what you'll be doing in class to help their student grow and consider suggesting some resources they can use to work with their child at home the end of the report list questions for families to ask you like does my child need extra help in any specific and when will my child's progress be measured again consider using these questions to guide your conversations if families have additional questions about map growth they may want to reference the family tool kit the URL is included on the report you might be wondering how to get to the family report log in Click VI report select math growth reports and then select the family report class so this is what all what our teachers will do this is what we will do and I just want you to have an idea of and how we are and then Cho toint the report for your entire class or for individual students create the PDF report which you can then save to your device and print the math gr family report helps you build Partnerships with families use it to come to a shared understanding of where your students are to start conversations about student needs and celebrate the progress your students are [Music] making so this is just an example of a family report from one of our students the name's been um highlighted out or blacked out but it does show the percentile at the top and then if you look on the growth side there's no growth data to show as of yet because this was the first map growth test that they the school year um but it does say likely to be here's an example proficient on the Arizona Statewide achievement assessment on track 22 on the ACT college readiness have taken in spring on track on the SAT have taken in spring so it gives that extra information overall score RIT score was a 217 on a range of 100 to 350 your child's in the 70th percenti which means they scored better than 70% of their peers and then the same for reading so this is what parents will see it's already begun collecting this data this minute a student put puts um submits their test within 24 hours we have access to all of these reports so there's I won't go through every single one I'll skim through them but I wanted to just give you snapshots of what some of the reports are looking like now focusing on the total students and students that are at or above Norm level mean Ri so for here these were our Kinder students on the reading test out of the 51 that have tested so far we still have a few that are doing makeups 49 of them are at or above Norm grade level so they are on track this is and next month we'll go continue on with data but this is what we're looking at now before we would just see a reading well before we didn't have we didn't have this test for our Kinders or our first so this is really exciting data I know for our Kinder teachers and our first grade teachers we were already looking at it just the fact that it even breaks up a reading into different goal areas so writing foundations foundational skills literature and informational vocabulary and use of functions it's really helping it'll really help a lot when we click on students it'll it'll also tell us the area that they need more intervention in and shows us the students that to give more enrichment to and the math test out of 55 Kinder students 48 were at or above Norm grade level and as you can see it breaks it down for us low low average average high average and High fifth grade um out of the 55 students that were tested we have 29 who are at or above number level and let me mention that this also is an end of the year standard based test so so uh some of the stuff on here they may have the standards that they were seeing they may not have well most likely have not learned yet because we're still in the second quarter of our school year so we'll see growth when we do the next test language 22 out of 55 we're at Norm grade level and I just picked a few grades like Kinder fifth and then at eth but math 21 out of 57 as you can see here what is a goal area we need to work with overall which I know for a factor fifth grade has not gotten to the standards yet but you can see it's measurement and data is a big one and we'll see growth throughout the year with that and then looking at 8 a because I know I wanted to show you 8 a 8 B and 8 C 8 C are digital students so for reading we have 28 students that tested 19 for the reading test um in the 8 a cohort group were at normal great level 17 out of 19 in the 8B group and then 8 C we have 13 that have tested so far and out of the 13 seven of them are at Norm grade level that's for reading and then for language 8A 14 out of 28 16 out of 19 and then 7even out of 13 for AC as well and then it was the same for math 13 out of 28 18 out of 19 and for our Digital four out of so this is the e8th grade performance overall so when you put all the corts together for reading we have 37 out of 52 who are at the norm grade level mean 32 out of 52 for language usage and um for mathematics 31 out of 52 so for that being our Baseline test and for us being where we were at fourth quarter last year and the start of first quarter of this school year this is good information for us to have and um incorporating linol into it we had a training with all of our staff and teachers so it's also going to help us with um referencing data and analyzing our data as well and then just the program itself offers us so many reports as you can see the class reports specific student profile reports the family reports so there's so many different reports that we can use to help us with creating even our intervention groups students setting goals for themselves which um an order has just been placed for binders for every single student in our school so that we can print out um reports for them and they can start setting goals for themselves and uh being accountable for their own learning so I just you know way to go to our Cults we were very very impressed with our teachers taking this on they're rock stars uh and with our students this was new to them we we heard some great feedback from them the kindergarteners were excited they felt like it was a sort of like a game they were excited to prove what they knew and as we're all our students so data digs we were having our teachers start to look at their data and admin teams over the course of the next few weeks will be meeting with them as well during planning times to go over that going into December any questions yes so what was a a b and c again um so they're cohorts so we have a a is one class that stays together all day and 8B is another Cort on site it's in a bigger um know 8 a is the bigger one it's like 30 students and then we have 8 b as the smaller Class 8 C is our digital students that are offsite okay and so the score that you showed us for one you're using Predictive Analytics for the ACT and sat in 8th grade yes it has it based off of where they're at based off of the it can give progression and predict where they would be at based off of so for instance the language test that's given it's a second through 12th grade test so students while they're taking it they may also keep going and going and going and it'll place them maybe a second grader might be high in language and it'll place them at fourth grade for language or an eighth grader might be placing at ninth grade um so it predicts where they would be for the acts and the so I guess my so what taking out of that right away is I see that smaller class sizes in 8B 8B outperforms 8A and C can I speak to that real quick so that's also your the smaller grp is your kids that are pre-selected as algebra in the eth grade so these might be what we would call our gifted students the higher achieving the higher achieving in math so it doesn't you'll notice in some of the scores for language arts it's not as high as the math but as far as the math scores are significantly higher in that group they are pre-selected by the Math teachers to be in that algebra and can if they pass the test at the end of gr year receive high school credit for that class okay and so we don't do ability grouping per se but if we did that would be only in that one group because of the availability for them to get math credit for high school and if we did it showed yes um so and then the I noticed that the standard deviations are fairly significant uh some as high as 20 so if you're looking at a Six Sigma report you're looking a spread that's going to go 120 points how do we address that I that's something that we can I know with our standard deviations let me go back with the standard deviations yes yeah so but if you go forward to the actual standard deviations there are some that are s 10 but then there are some that are 16 18 you know here in this this group Kinder reading they're at seven so there's really not huge variability there but you get into some of the other ones and the numbers really start going up and I also breaks AP part with the goal areas as well with the standard deviation so as you see the numbers that go up it also possibly may be tied to those goal areas and we can look into that too I guess I'm thinking teacher right now and I'm thinking if I've got a class where I've got a swing of 120 points and a standard deviation I'm running all day I am running all day uh to try and make that happen and then we look at which clearly shows us that we can reduce that and bring that number down I don't I'm just thinking out loud I just want to make sure I understand that that's we do have a planed to meet to have a call with NWA so that now once our data is in they're going to better help us interpret it work with teachers and coaches on um what we can do to close that achiev g any other question on one of the slides it talked about retest and it referred to a term called rapid guessing oh what the heck is that so does a teacher want to say what record guessing is they just clicking it's that student who just clicks away with the test they don't want to really do it they don't want to read it but it picks it up and it alerts the teacher because you can see on the monitor what each student is doing and it will give them one warning the second morning and then it pops them out of the test so it reduces that for the child or a couple kids that are occasionally just like boom boom boom and then they fake it for a while and go boom boom boom so it really helps but that's out of the the statistical analysis right and we really didn't you know for 8th grade we really didn't I think I had one warning and I was in the bigger group of 30 or 29 um of Rapid guessing and so only one warning and that student didn't continue you could just walk over quietly and say because they have to the PIN to let them back in and then it'll give us um the opportunity if we decide that they need to restart the test so it's the digital version of a b c d e e d thank than now it's the fun part of our meeting so well that was fun that was really fun thank you thank you if we could ask our board members to please step up in front here and we are going to recognize our well deserved dedicated staff members who um we did not get to do our presentation last um year because of school closure and we didn't get to meet for a May so we would like and if I can have members come up here in front for the picture El elb so we' like to start um by presenting um for years of service we have picture that says dedication it is the effect it is the effort of many that create the ripples that can move mountains and truly we have dedicated staff members who continue to move mountains every day every minute every hour with the hard work that you do so I would like to First have Miss Lori romanelli come on up she's celebrating her 20 [Applause] we'll have you stand here and we'll get a group picture at the end okay [Music] thank you very [Music] very Lor can you stay up here thank you then we have Miss Sharon flowers thank which say 20 plus years of service that Continental so thank you thank you [Applause] and we are missing Miss Fanny who has 25 years she's in her 25th year so Wendy I hope you're watching us but we'll make sure that and then we have our very own Dr Jenny litsen at 30 years this year oh no thank you thank you and last but not very very least we have Miss Kathy reman retired at 30 plus years as well and we so miss you and we are still going to celebrate you officially at our winter celebration our Christmas party that we have here on staff but we really want to thank you and present you with this well-deserved one more I'll think you smiling thank you so much elbow bumps okay [Music] icture right here like to because I know that the time it's rare that you have a school with this many people with the years of experience that you have collectively and you were looking at 20 40 60 80 100 years plus of Excellence missing Wendy 125 26 years of Excellence at our school and our students are just so lucky so would you like to say anything well I know that I um have loved being here for yeah I me the entire the time that I have been here my kids they started as yours all did too in preschool and kindergarten and moved on up and we saw them all go on and and um it was it's always been a family you know whether we you know get irritated with each other and we love each other and you know it's like we're we just get over it and and it's like we're family so it always feels so hard when somebody leaves you know when they retire because you know Feel So Close than thank you Kathy want to share what you're doing make me cry it's it's crazy you know being retired I started at this school um in 1986 Drew's dad was on school board at the time um it's just it's just crazy 120 kids were at this school when I started um I remember 1999 being on the interview team hiring Sharon and L um crazy Jenny took over for me when I um had my first baby and she took over and then I came back and I helped her in kindergarten and it's just been amazing and I I don't quite know what to do with myself yet I walk to this school every single day that's part of my retirement I walk up the road and back look longingly miss everybody and I really do I miss everybody and it's been an incredible career and I am so grateful to all of you so thank you so much we need to say something well the funny thing is I never really intended to teach this long and when I was interviewing for jobs and know some people know this um I only I told them I was going to teach for 10 to 15 years and then I was going to go into educational television and this year I got to become that person of the zoom 34 years so anyways aome thank you but I love being here my kids great education for them and um they had all of you I think Andy was in shar's first class and Kati was in Lor's first class so aw yeah we did we all taught each other's kids it's a great place to work at I was very excited that my kids had gone to school here we left the district because we moved to SAA never the same as the experience there got to come back with my youngest because I taught so he could that was the only open enrollment I love Continental it's Traditions the staff um the families it's fun with the generations that you're teaching you know um and I just love it here it's been a great place thank you and same for me this is I got my first job back in 1999 graduated from college um one of my students today they're asking me what do you do when you're at after school I said well today I have to stay a little bit longer I have a board meeting that I'm going to go to and I've been here for 20 plus years and then they all know how old I am they're like you've been working here longer than you've been or half of what I've been alive it's like oh yeah almost I mean I'm 43 so I mean it's just like they all said we um I mean I drive a long way to come here and I can't imagine working anywhere else I've been here now 21 years my kids came to school here mine is still here my oldest daughter's in high school um this is all I know so I know it's got to be fabulous but um I'm truly honored to be here and one day it'll be the end I don't know when that'll be but um probably not for a while but um we've also been through many superintendence I mean you guys 11 I don't know how many and this has been this is a wonderful Administration staff that we have so thanks to all of you as well thank you you're all enjoy [Music] and it we always see you witness that I do walk to school every day you look great thank you really do thank [Music] you I gotta get my phone you have to go see my volleyball player [Music] good okay thank you we have a consent agenda please a motion please onent agenda motion second discussion okaye all right Miss K yes I guas Mr R yes and Mr M yes passes thank you uh 10 item 10 a be the district fin report I will be more than happy to pass it on over and answer any questions that you may have asked I'll move to approve the financial report okay motion second and a second how about some discussion um yeah I've got a couple of questions um Greg at a request okay um this is the first time I've seen a 43 page report um I I mean the the detail is is great and and I and I thank you for that uh but it obviously raises some some questions that I may have not had before but um if you could go to well right there on on that page um I could you expain the current real estate taxes which shows a million half dollar uh do we not budget uh what What's the explanation for that I'm not sure I'm I'm understanding the question there sir well I'm I'm showing a million half you're talking in the budgeting in the budget column I'm talking about receipts expense $1,485 th000 current real estate taxes yes and and and so that that is what has Reed as of the the printing that's that's receipts yes thank you um why don't we budget those areas um to be honest it's really not it's within Visions it's really not necessary to budget the um the revenues because the revenue is all um formula based so we already know what we're going to get and then just to break it property taxes real estate taxes um it just it's just really not something that's actually necessary okay that's secondly um I'm seeing a whole bunch of things in here that I have absolutely no idea what they are okay and I I guess I a request and and if this is only for my own benefit um uh that would be unfortunate but it could be um I see things like instru Improvement fund reap e r a community school auxiliary operations adopt a scholar school to work school Improvement Class A series 2010 items are all various funds on the financial report yes and I have no idea what they are and and I don't know how they're funded where where Revenue comes into fund them and I don't know what these expenses go to I'm not asking you to answer that question tonight but I'm wondering if you could put together a legend that that would say here's what this is the money comes from here and this is what it goes to okay so what I can do because so everything in this report is broken down by fund okay so you let start off with fund1 which is our M account and then from there it go to fund 11 which is our part of classroom site fund and it just goes through all the way through every single fund that the district has and when I say fun fund think of them as separate checking accounts okay so fund1 it's it's it's a um it's our M account it's I can use it on X it is funded via the state the and same with funds 11 12 and 13 which are classroom site funds those are also state funded accounts but I've seen I've seen all these before right right what you're saying like with reap Reap is a is a state Grant or it's a grant Reap is a grant um inst structural Improvement fund that was um it's basically meant to help uh supplement teacher salary is fund 020 uh keep scrolling through we'll just go through a couple of them real quick what are we at Title One keep going should be title two keep going so Title One title two naturally federal grants title four all out of the esa Consolidated Grant um title three limited English and immigrant students um we don't really deal much right now within title three scroll the next one this is the idea basic uh preschool going okay this is also Ida Basics preschool so what has happened in the past is so to give you an example in my previous district for for my federal grants I change my fund number every year so I could track my expenses the Via year to year that way they weren't assigned to the same um Grant fund so I would do a three-year rotation on my fund numbers and that's apparent that's what's what happened here is you know we started off with 221 we've moved on to reap again it's it's another grant that we have that it is a Federal grant now I'm thinking about it e rate e rate is um it's eate is the money that the district receives Thea the federal government for um connectivity issu so we we get a percentage of our internet paid for by the federal government currently we're at 70% 60% 60% 60% of our internet services covered under eate and what eate allows us to do is is if we needed to go out and do some um drawing blank some Hardware upgrades yeah some cabling some infrastructure within our internet system you want me to explain that a little bit Yeah you can go ahead and explain so eate is a it's a federal program through the schools and libraries division to help districts get connected basically to the internet there are two components to it one of them is what they call category one Services which are it used to be phone service and internet service um they took away phone funding phone service to stretch dollars to get more people connected so it's what we use for a portion of reimbursement for our internet services cost cost the cost the district URS to get connected to the internet so we have our ISP provider and then our ISP transport provider those are the ones that we get reimbursement for the other component is what they call category two services and those cover reimbursements of based on a certain formula of how much we get for student per school reimbursements for connectivity equipment so everything that gets you connected to the internet it's essentially everything behind the walls that get you connected to Internet so those are the two services that cover so those are the reimbursements when we get we have it set up is our providers automatically give us the discount in our bill so we don't see it we don't have to file and just one step further with e is if we needed to upgrade Albert and I have been talking about um internet speeds and looking towards the future and one of those part of that conversation is upgrading our infrastructure our cabling our DRS and just everything like he was saying behind the scenes and if we were to go out the bid to have those Services done e rate would cover 60% of that installation and the district would have to pick up the additional 40% you you really don't have to go through all of you well I I just I just wanted to go through a few would that be too too time consuming I mean it could be something just a simple as e federal grants apply to Absolut internet uh technology you're going to there are some funds that are going to be in there that we are not you know you know 450 gifted you know we are not currently you know in that Grant so you know but I do have cash that's left so that's what's that's why it would be helpful for me when we see future Financial reports and I don't have to I can just say oh this is what that is and I don't have to wonder what the heck it's it it is or what it's for absolutely put that and I can send that out to all board members that you all have that as well further questions okay please to approve I yes Mr yes and Mr M yes motion passes Thank you new business use EXC I'm talking here use of Public Surplus as the district option site so I I bring this to the board tonight because I don't know what has and has not been approved for the district to uh dispose of assets um being that we are publicly funded prior to the district disposing of an asset we have to offer it to the public to purchase and and I am proposing that we use the website Public Surplus as the location for us to do this I mean there's there are other options you know we can hold an auction here on site but that takes that takes time away from you know people away from their primary duties to to do an auction to actually you know go through and do all the advertising for the auction and everything else whereas if we were to go to Public Surplus we would make our our notification to the public in the paper of record that we are going to be using Public Surplus to dispose of all of assets that are no longer needed or or no longer being used and this way we can actually clear up our bus barn so that buses can actually get inside of it if I recall we've done this before correct we have we've done it over probably since I've been here my 13 years I would say and it kind of comes every two three years we try to clean out but there's still a ton of stuff that just hasn't been done and so there's a big need to make space um especially with Co happening every free space we have square footage wise now has kids being taught in it so where things were able to gather in unused classrooms that's not happening anymore and so I think that's where we've got Mr Greg involved to help us get activated because we haven't done a while I think I can't remember probably three four years ago maybe um and so that's kind of yes we have done and by using this with your approvals we can start putting stuff on here on a daily weekly monthly basis as the items come up not just one this is a one time thing this is as because I don't know what has been approved in the past so I want to make sure that moving forward that everything is on the up and up with what we're doing so that you actually know that you know if I've got 42 desks that I canot cannot use any longer or breake drums for a 1987 bus that I need to get rid of you I can get these auctioned off and at least start to redou some of that money back into the district and then also free up much needed so I have a question where does the revenue from this from the auction items go in our budget okay so does it depend what it is it depends on what it is anything that was purchased with federal funds need to be returned back to the federal government anything that was purchased back purchased with state or local fund goes right back into our M or our capital account depending on how it was originally purchased if we can determine how it was orig okay discussion please okay Miss K yes I know yes Mr R yes and Mr M yes thank you motion passes uh and school events let's see Veterans Day Wednesday week I just want to make sure if you did not get your picture taken um if you could please come for um picture retakes on December 2nd so that we can get you in the yearbook and also December we would love for you to join us at noon in the cafeteria for our staff holiday party so I believe it is going to be potl festive music so please stop by if you can and the December 7th meeting there'll be the 5:15 River ribbon cting yes yes and I would like to invite them to the board meeting if you do an official thank you and give um afterwards and the the veterans video you said you sent that out yes can we forward that do we have permission from kids parents we I believe all of the students there um should be cleared but let us find out before and then we'll let you know we can CLE F questions on school events anything to add thank you governing board information start at the end any Mr um no it was great I wish the teachers were still there both of my kids have seen all those um and it's so funny that I'll just pick on um Mrs flowers that my son thought she was the greatest thing in the world and my daughter who's complete opposite happen because Mrs Flowers has control of her classroom so you know Zoe wasn't the model student that year um I spent quite a bit of time going through Beyond textbooks and I'm intrigued and I don't know whether this would be a subject of a study session or another board meeting but I would love to know more about how our teachers use Beyond textbooks if it's a supplement to their curricul normal curriculum if it's a plant some of it um I I would really like to know more about the uh Beyond textbooks program would it be appropriate for the board to create a survey to administer to the teachers to get the data on the uses on the uses of theond textbooks I mean they could if you would like to let me know what your questions are we can put it into a Survey Monkey for the teachers if you want to let me know what specific questions that you have I'm I'm primarily interested in how they use this program and we're spending money on this to to bail I guess um and I'm interested in in how they use it in the classroom outside of the classroom uh seems to me to be a twep process one to have if you want to send a survey they'll be fine and then study session and it could vary whether we're talking about social studies or math and actually Mrs and I have the information I mean we talk about that during collaboration beond textbooks and the um directive that they are to be using Beyond textbooks as their calendar and that's the standards where the standards that they're teaching come from so um teachers are using it for that purpose more so with science and social studies because we don't have curriculum but we can put it in the next okay board agenda and um if there's specific questions you want us to find out but we do know what the teachers are using it for information exist you think yes yeah I think we don't need a survey but we will use examples of how it's used but if you think of anything else just let us know so you guys I think you are doing an excellent job I had a discussion with a high school teacher from a school in the Tucson area and uh his attendance last week was 13% 13% he's a math teacher and I am really really concerned about what's happening to our kids and he's in the Monday Wednesday Tuesday Thursday that that model and I'm really very concerned and I think that as as challenging as it is to look up and see hundred and some kids were absent today I get it I I get the concern that everybody has I I think the decision to bring the kids back to school was a good decision um I think I just you know hats off hats off for doing it and thank you U Mrs for saying that because I did talk to Mr Williams I've been in touch with him with and um we are the only public school that has our kids in Pima County going every day full day five days a week there are and private schools that have kids in session every day but we are the only Public School in County so people are watching us and um you know wondering what we're doing and how we're doing it and I just keep saying you know to the team and to the teachers you know just we can't let up we have to be diligent and diligent in what we're doing um some of our teachers were concerned about the absences of the kids who are in isolation or in quarantine they're not making up the work said you need to relax because our kids are getting five days worth of instruction where other schools in Tucson are just getting two days of inperson instructions so I I really do know that our parents our students and our teachers are working hard to keep kids in school so I appreciate that um I couldn't agree more you guys are doing a great job I know it's uh it's tough and I know every day is different and um I I have a lot of respect for each and everyone for what you're accomplishing so let's keep moving forward step by step and and um like you said together we'll make it through all this and I just want to say congratulations to the rest of board members on your your elections into your positions and I look forward to working with you for the next few years and look forward to meeting our new board M whenever that may be yes so I do have a question not applicable let me know so you know how we reopened when the colors went back to yellow or whatever those colors were and now that you know if you watch the news it's all craziness again what is it and I looked for it but I'm not good at that so what happens if the colors go back bad just is there is the state or the county said anything that we've got to shut back down is there any guidance for that is it just kind of wait till they say something so as far as I know if the metric goes in the in the opposite direction they are not going to direct us to close down they still continue even with P County Health um you know they keep telling us their guidelines but it's up to you with what you you want what you're going to do it's up to the superintendent and the boards on what's going to happen so um at this point the only thing that would shut us down is a state or count so if Governor if the governor came out and made a mandate like he did in the beginning of you know all of this last year that's what would shut us down going backwards um in the data does not then P County could also come and say not so much because of the data but because of our data what Continental is happening here could shut us down for x amount of cases and those would be the two at this point all of Ferguson my research will be the two things that would potentially baring the third which is you guys coming and saying at this point we're uncomfortable continuing at this rate I would think yeah if we saw a rapid spread here at the school we are smart enough to do the right thing correct and that's where Miss Rico would make a recommendation to the board or or the board could make a recommendation to miss Rico to put that on the agenda so those would be your three at this point thank you else thank you have yes

all right we resume back into open session uh i pledge allegiance to the flag of the united states does anybody have anything to add to the agenda can i please have a motion to approve the agenda say hi i'll take item six on november 15th this year we recognize school board members man i know so this i just want to personally say thank you you guys are uh always been very supportive you've been willing to challenge me personally push thankless job to be a board member thank you um all right michael come on up here michael so mr lyons is our board president we're going to give you this you don't drop that okay hold that card for you and i'm going to have your teacher come up here and talk to you but talk about you is that okay all right do you mind speaking into the microphone so people online can hear us oh he comes to every zoo meeting he has a positive attitude he's ready to learn and he's the great example of a big hollow star and i cannot wait to spend the rest of the year with him [Applause] smiles and our employee of the month is stephanie richardson our free came here congratulations um stephanie i love you um i started working with stephanie three years ago and the first two normal years were fantastic she goes above and beyond in a regular school year and this school year she has blown me away um your center is always on the kids you have taken every chance to learn from everybody around you you save every piece of information from every professional development and when you hit a challenge you dive in um i love hearing the laughter of the kids in the safe center i love what you're doing with them i can hear you through the wall and it's wonderful and i can't wait to spend the next few years with you as my parent bro oh great congratulations all right thank you thank you we always continuous learning work to ensure good coverage anybody second so just a discussion i have this discussion on our blended hybrid schedule update um as you know the most recent was letting the community know holding off until the 30th of november at the earliest which is right after thanksgiving so it's not not the best time to come back either but we're just trying to watch the numbers as of today uh just a couple hours ago they just updated for the weekend uh our numbers and it just i don't know what is going on in the 4-1 and the 7-3 zip codes but we're just getting uh just getting killed in those zip codes with their data it's just that the numbers are pretty high and the incidence rate that the county uses is 14 as a threshold and for for the entire most of the summer and the entire fall until we started coming back to school we were in the very low we were below 10 11 12 in that range and we're at 56.6 as of today so we just keep going up and uh the positivity rate is over 15 which eight percent is the target for the state to kind of get alarmed so our both those numbers are high which is concerning my where i'm kind of stuck is that we really in when school started we didn't have like metrics that we could use to know whether or not we should be in school so it was really just kind of off the cuff and listening to recommendations then the health department did give us metrics i used the metrics to help support us coming back into school and then the metrics now are off the charts bad even so i've tried to look at like cdc recommendations they now have recommendations for schools and ours line up with theirs the lake county health departments do line up with cdc and it's it's pretty rough right now so i don't know what's going on in our community it's really our local like i said the two the 4-1 and the 7-3 zip codes our 4-1 is ingleside 7-3 is round lake so all of valley lakes and prairie point and those are 7-3 and he's probably uh anything on the senate wilson so so that's where we're at we are ready as administratively we're ready to pivot whenever we need to pivot we feel like we can implement uh the blended model quickly uh the i have i have parents i'd say the main communications i've received from parents recently has been a few parents that have just decided to pull their kids out of the blended list they just want to be remote because they're concerned about the transmission rates right now um i know we have to have families that are frustrated and want to be back in school too they've been very patient with me so far but i know they've got to be frustrated i'm frustrated looking for any guidance that you guys might want to give me and yeah just i'm trying to stay in line with grant fox lake 114 and then gavin so the four of us i've i've considered um and i would like to do this this sometime this week some kind of just just i'd like to test get to test the temperature for our community right now to see where they're at as far as their desire to come back and what kind of format they want that kind of stuff but i don't want to put any false hope yet either but um so i'm looking for feedback i'm this is this has been hard but i'm looking for any kind of feedback you guys want to give me what you're hearing the community what we can be doing better what we should be targeting whatever you think i mean personally i think that we have to go justify using the metrics to come back um but i mean i just was all over the news today about the vaccine yeah so and i remember when we first got the plan from the state is that when the vaccine came out then everyone was supposed to go back to normal that doesn't seem to be happening so i didn't know if we got any guidance from anywhere on that well so that uh what they're telling us about the vaccine as soon as they like this um the news today was was good news but it's going to be what they've shared with us [Music] the most vulnerable population is taken care of and then there'll be another round after that so they still [Music] impacted the vaccine but that was when they told us that look for for it to come out in january so i don't know what this news today means i don't know how quickly that's going to get from approval into so if they get it out quicker than we might see some it might see some impact sooner but that'll be huge if if they can get that in place uh sooner because i've heard the to be really honest with you the house department within the last month has said don't get too excited about any vaccine news because it's going to take a long time to get that thing rolled out but he was also saying we wouldn't hear anything about it until january so now we already maybe there's something more to it so that would make it just so everyone else knows i said after we got the agenda i sent an email to mr gold about i wanted to see the data for from middle school comparing the percentage of kids from fall 19 to fall 20 over and under 3.0 and percentage of missing assignments um and then for primary elementary the percentage of kids at each one of their proficient other grade levels just to see if if this has had an impact on the kids and and the learning and then their net result of the grade um i mean i think for me that's very important um it shows what would help show if we're doing things right and we're doing things wrong yeah um i i i don't understand that the the metrics don't measure the social emotional right aspect of it but we have to have something to go off of and it's something that i thought would be helpful for us so i've been thinking about that kevin too and i think i was gonna talk to administrators wednesday about this at our meeting uh i think we can do also do a to pick up maybe some of the social emotional we can do a survey for students to take kind of answer some questions for us on how they're doing personally with all this give us something i wish by the december board meeting i could get you our map data but i don't think i'm going to be able to i depends because we're just going to be doing the map testing for winter in december i don't think i'll have the data for that that's the really to compare last winter with this winter would be the best like academic data we can give you uh but we can we'll do what we can if if we don't give that to you in december we'll definitely give it to in january but uh i know that we want to give you something in december too so we'll try to get this we're going to talk about it wednesday that some of the requests you had we're going to put something together for that but also include the student poll i might try to do something with parents too just to kind of see where they're at and uh so on december's board mini we'll try to give you a presentation of the impact of covid on big hollow in the last nine months just to give you an idea of where we're at so i think it's a good idea um do you have communication with the teachers do you want to pull the teachers yes yes yes sorry i have that on my list too for sure teachers are going to be able to give us a whole different perspective and so i have that on my list teachers our students parents to kind of get a feel for where they're at we'd love to get the the winter map data will help us compare we did the fall data but uh i think the winner date is really going to give us an idea of the impact i mean i can tell you we have kids that are doing really really well and we have kids that are not right so um but when it does come time to come back we will leave the option for people to stay home if they want to and because i know that some of them that's important right now if november 30th if the metrics numbers would be staggered like we were started before that week we're bringing back we'll be starting like phase two so we'll have right now up until that point when we had to get out we only had one grade level in each building we'll add a second when we come back so be our second phase and that'll be for one week and then we'll add the rest of them the week after that so we'll be quickly into having a full hybrid once we get these metrics to clear i'm just hopeful that i mean it just keeps going up i don't know what's going on here it was it was uh when we started going back to school it was at like between 10 and 12.

e put t riir I took a car got [Music] we are a train had every NE okay yeah she and I can't do that I was like I've never been good evening I would like to call this meeting to order thank you for joining us this evening please rise for the CL I to FL of the United States of America stand na under indivisible with liy and justice for all thank you we're going to start our evening out with the board's favorite activity of all and that is we will be celebrating a very special oral and our very special orial is live streaming with us tonight and I will turn it over to Dr wam thank you Mrs anglehart members of the board uh Mr bromas is audio working okay I'm going to keep talking assuming that it is if it's not I you stop um thank you I want to thank U Miss Ramirez for being here um and we are really excited to recognize Amanda as Mrs anglehart said celebrating Orioles is always a high of our board meetings and to tonight we're celebrating M Ramirez for a couple of recognitions that she has received within the last uh couple of weeks but first to tell you a little bit about Miss Ramirez she's been a teacher for Avon High School for the last 12 years she has been the first vice president and Conference chair of the Indiana foreign language Teachers Association but I will believe this past weekend she became the president of the Indiana language Teachers Association when I talked with Mr shakley and Miss rodkey they commented that she is a leader at Avon High School and that she's a member of their diversity equity and inclusion team she's an advocate for students with diverse backgrounds and sponsors the Japanese Olympiad the Japanese Honor Society the martial arts club and the Japanese Club as she is one of our Japanese teachers however the reason uh that we on top of all those other accolades and and responsibilities that she has the board is uh recommend the board is recognizing her this evening because she was awarded the 2020 secondary Teacher of the Year by the Association of Indiana teachers of Japanese that was nominated and chosen by secondary and Collegiate level colleagues on top of that mrz was awarded the 2020 secondary Teacher of the Year by the Indiana foreign language teachers Association and she was chosen from among all of the 2020 teachers of the Year for all languages across the state so two state level recognitions that M Ramirez received as teacher of the year uh specifically for Indiana teachers of Japanese and then broader Indiana foreign language Teachers Association so we are very proud of M Ramirez very thankful for all that she does as a leader at Avon High School and within Avon Community School Corporation [Applause] she here I think she can now can she would she like to share some thoughts because I would love to hear from her [Music] all right well I will be first to say congratulations Ramirez what an honor oh that's just precious um but congratulations you are such a great teacher I've heard from so many of your students Through The Years about how they love learning about learning Japanese from you and this just couldn't isn't a surprise honestly and I'm just so happy for you so excited and and in a year where it's so challenging to this um honor um just makes it even sweeter so congratulations and thank you for um just taking great care of our students we just are really grateful for you board M yes I'd like to Echo my congratulations to you Mrs Ramirez what an honor to be recognized by your peers um in this uh capacity there is um a lot to be said about being recognized from a group a panel that may not really uh walk in your shoes but to actually be um acknowledged by a group of your peers is truly an honor indeed you know Avon has for a long time talked about the number of languages spoken in our community and how we really uh want to be a community of inclusion and this is just a magnificent honor and a huge step in the direction of uh being able to include um especially those that are Japanese speakers into and welcome them into our community so thank you so much congratulations and uh we're so very very proud of you I too would like to congratulate Mrs Ramirez uh quite an honor and I'm sure that your students appreciate your talents and I have a little quip here that I often told my students remember to talk so M the point I want to make which is hard to make via Zoom is thank you so 12 years in our school corporation uh especially with the cuts we have and the hard decision we made for like World Language programs in the middle school and those kinds of things you live through all of that so you stuck with us and you continue to bring your Excellence every day U I don't think you've had my children but I do know who you are through hearing about the excellent things you're doing for us so I say congratulations but more I say thank you thank you for for your talent to our also M I'd like to congratulate you and thank you and keep pressing forward we appreciate you thank you it's really difficult not to get our taking with you it's um always so nice to have that but maybe we'll figure that out in the future can you great thank you all right members we will move on to a consent agenda item um we were given on the documents from um on last week that cover um many items and that includes um minutes from regular board meetings and working sessions claims payroll for October a manyi payroll in October ECA check register from all schools qu three finial report monthly fund transfer report the Personnel report disposable report and the donation report as presented second motion by gr second by Cindy are there any questions all in favor well I'd like to wel every welcome everyone tonight um to a really important meeting and that's redistricting our um our elementary schools and I have a short story back when we were revisiting uh for River bir at that time my husband and I had a second and third grader so we went through the whole process the plans were laid out we voted made the decisions and we went forward so summer came again we knew students were being moved and and um we got to fall our two children then now was going to be in third and fourth grade got on the bus went to whiteo and when they got off the bus they had huge Tears in their eyes and I said what was wrong he said we don't know anyone at our school I didn't know one teacher and it never dawned on me that yes we had moved children around and many to rever but left up wide open with 36 students and then never dawned on me how they would be impacted and that was a really great lesson for me since I sit on the board but as I prepared for tonight and preparing for our future meetings about we District te I'm very mindful of the students that are not only being moved but the students who aren't being moved and this is a destruction to all of them and so um that is at the front of my mind um constantly thinking about children and and and the staff that will be moved around as well and how um it's something that's important it's something we needed to do then and we need to do now to keep balance in our buildings but cannot stop for a moment to think about those children and and and and families that will have some disruption in their life and um we hope to make it as easy as transition as possible but no my children now are in college they survived it and they Ed having great friends um that friends that lasted then through middle school and into high school so um thank you for coming tonight thank you for um sharing your thoughts and being involved we are grateful for your attendance and we will um be mindful of everything that is shared with us and there's some upcoming meetings so please make sure you mark that in your calendars as well I would like to at this time to take public comment from um anyone here we um would like for you to stand up share your name and address um you have three minutes to share and please refrain from mentioning any student or staff names at this time please stand all right well thank you again for joining us this evening we will move on to unfinished business um enrollment report Dr yes uh this month's enrollment report again uh kind of holds steady where we continue to uh gain students um we're up another 12 students and I will say over fall break we had several students move in the settlement if you're familiar with the settlement has really started um picking up stee and we've sold I I think not we have sold I wish I'd sold but but they have sold many homes and we we've uh gotten several new students in just in that particular area I know Cedar saw a big jump in their enrollment right after fall break it was attributed to uh the settlement and new homes there so it's kind of exciting times excellent thank you very much second reading of revised board policy 54661 that yes if you remember last month um this was presented for you to consider it is in regards to classes or courses taken at the middle school level for high school credit and when that credit can be you know formally accepted or when when a student has to to retake a course perhaps and some adjustments like that Mr shley Mrs bod has uh really spent a lot of time kind of comparing our policy to others and try to be a little more consistent if if I read it correctly this doesn't start till 2025 correct beginning with the class of 2025 that way there are no surprises or anything like that yes and I think that's done In fairness okay will the counselors the kids counselors be involved in guiding them the right direction and helping without the counselors and the assistant yes thank you I move that the board incl trustees approve the Revis for 541 up second second motion by second by Kim are there any more questions all in favor cost savings and efficiencies peer this month we have two uh cost savings uh events to bring before the board the first is a $15,750 incentive check from vord uh this is for the hbac um that we actually implemented in or put into Maple um and this is an incentive check because it was a high hbac uh the second thing that we have is uh we have usually have the American C Association do CPR training for the district uh now through transportation and maintenance we have six trainers who can actually train um our own employees um and to this point they saved us $5500 uh by being able train the trainers and I actually I'm going to get trained Myself by one of the trainers next week I have a question um so on the hbac at Maple is that implemented as part with the new construction it is and Maple's not the only place that we have it if they our first incentive check that we received oh okay okay CU I'm sure that took a substantial upgrade with the um large new footprint and then on these trainers would they so they would train our own um employees would there be an opportunity for them to train employees of other school corporations there may be um and they're open to that because with our director of Transportation um about what they' be willing to do and they're open to uh helping out any way they can so that could be an opportunity we can take advantage of well it's just nice and hope to be collaborative in our own County to help other schools might save them a little bit of um you know you know cash as well thank you any other questions all right we move on to the open of office Chief light and as Chief light comes forward um I just wanted the board knows this but just for those in our audience we're really excited this year to have our uh School Police Department this being the first year and we've got several of the team here with us uh we're excited to uh that the board approved the hiring earlier in this meeting of officer Dan Rooks uh who is a very familiar face in Avon schools but through the hard work of Chief Li we were able to receive a grant from the state of Indiana specifically for school safety that is allowing us to take our Police Department from five to six officers and that six officer officer Rooks will be paid for by that Grant so we're really excited this will allow us to better support our students um and really set us up for a lot of support so I appreciate officer Rooks for being a part officially now of Avon schools even though you've been here for for quite a while and then Chief Le for his hard work to secure this grant for funding purposes it's important to say that officer Rooks has actually preceded all of us uh as police officers in the district he's been here for three years going on year four laying the foundation of relationships and mentoring uh with our students in the context of law enforcement and so we are so thankful to have had his partnership even before he was wearing the badge that he has on his chest today so we are so thankful to have stolen him from the Avon Police Department uh we we have certainly the blessing from uh Chief stops and deputy chief Brian Len uh and their staff and they are incredibly excited for officer Rooks as well uh I would like to say a couple things about officer Rooks that he has been responsible for training all of our officers since we have been in the district as far as helping us learn the buildings and the students the culture of Avon he has done that for us our entire time here uh he has led our entire training effort for every officer um he has really been a part of the success that we've had including the 12 opportunities we've had this year to divert kids from the criminal uh justice system we've had the opportunity uh to arrest a kid for uh criminal offense and we have not done that because we have gotten them other opportunities officer Rooks has been on the ground uh floor of that and so we are so excited to add him and so pursuant to state law uh we will ask him to uh agree to the oath of office and we will do that now officer Rooks if you will raise your right hand repeat after me I Dan Rooks I Dan Rooks do solemnly swear do solemnly swear that I will defend the Constitution of the United States of America that I will defend the Constitution of the United States of America and the state of Indiana and the state of Indiana I will Faithfully perform my duties I will Faithfully perform my duties as a law enforcement officer as a law enforcement officer of the Avon School Police Department of the Avon School Police Department impartially impartially fairly fairly the best of my abillity to the best of my ability I affirm that I will enforce all laws I affirm that I will enforce all laws and follow all legal directives and policies follow all legal dires and policy prescribed by the Avon School Police Department prescribed by the Avon school police department so help me God so help me go [Applause] congratulations welcome backer Rook glad to be here we're glad you didn't go far as we know our students are very grateful for you and we are very grateful for how you have um really dedicated your life to students and our very special students that sometimes don't make the best of choices and um thank you for dedicating your life to them thank you for all the help you've given our Poli course since the day we agreed to create this course and how you've been there at every step and so it is only fitting that you are now one of them so thank you I'd like to Echo that thank you for laying that ground for what is now um become a really essential ingredient in our Avon success um we really appreciate um you being able to bring your expertise uh to our Police Department um and the only other thing I'll say is Chief Le maybe you shouldn't use steal from the Avon Police Department just saying uh I remember when we sat in a conference room actually and started discussing whether or not uh we were going to create our school Police Department uh and one of the things that we were all very adamant about is that our great collaboration with the Avon Police Department um could not that we wanted whatever they wanted um and certainly um Chief Stoops was um very outspoken about how he felt that creation of our Police Department was in everyone's best interest including Avon Police Department um so we were really grateful to receive that affirmation because they have been such magnificent partners with Avon Community School Corporation for low these many years that we wanted to make sure that we were taking care of that relationship so thank you welcome uh in this new role and we are delighted that you're joining our Avon police team thank you congratulations Mr R Avon schools are proud that you are keeping the schools the students and the staff safe thank you which as you know consistency in relationships are key so when we launched Department we knew that our partnership with Avon was Paramount we knew and hoped that you would be around um we can't put things into your heart to stay with us but we are so grateful that in your heart you chose to stay with us and we know our our kids ultimately benefit from that so thank you thank you for keeping us congratulations and thank you and welcome back thank you [Music] next on the agenda we will hear the boundary adjustment report Dr and Dr L thank you we are very excited to present um our report to the board and our recommendations um on behalf of the committee I want to say thank you for allowing us to go through this process again um it was very challenging given the constraints of being in a pandemic with social distancing and masks and trying to get a group of people together uh but we were able to do that and and felt like we did it in a safe manner uh we were able to use a lot of our resources uh internally U and so we had a similar process to the past but we also tried to update it a little bit we use first TR to help with our maps and rou and and could turn our Maps around a lot quicker than in previous years um and then we also leaned on our curriculum department for a lot of our subdivision developments and and keeping track of that rather than having the the uh committee go out and find that information um this presentation will consist essentially of four parts a little bit about the committee itself and the supporting Personnel some background information on the processes then the exciting part will be the recomend commendations and then finally just some next steps where community members can have input if they will if they are interested so to begin with um our committee was comprised of 11 different people um the bulk and vast majority of the committee were our parents we had one parent from each of our seven elementaries that that we um applied and and helped helped um helped us through the whole process the bulk of the work was done by this these seven people um I think I see Becky here right now Becky raise her hand she is one of our parents that was on our committee I don't know if I see anyone else but uh I appreciate Becky coming out tonight to be part of that the remaining members of our group uh consisted of two of our elementary principles both here tonight Mr rer Mrs Harrison uh we chose them because they have substantial changes to their buildings that are taking place uh Mrs Harrison's buildings probably going a double close to double in size having a whole new Wing added on and then a nice new gym and stem lab and everything Mr R here is also getting a little kindergarten Wing at it and several more classrooms so we felt like it was appropriate to have two of our elementary principles that were going to see substantial changes in the building and I want to say thank you to both of them they're at every meeting they LED some of our small breakout groups and helped kind of keep the meetings moving and and got really good feedback and Drew really good questions out of their parents that that they work with their groups and then finally the last two members of our committee uh were Dr l and Dr L was instrumental because he'd been through this process before uh he'd been through as a as a principal as a parent and kind of helped us step through it and make sure that we were successful and stayed on the right path and I greatly appreciate that and then I served as the last uh part of the committee we were supported uh most importantly by Teresa Clark and Keith hen from the Transportation uh department and Teresa brought us map after MTH after map after m M we would have an idea and I Dro some notes down and she Dro notes down and by the time I got to her office the next day she already had Maps ready to go she's like this is for next week I'm already good and so I thank you so much for all the work you put in and thoughts and really a lot of the the processes uh she and Keith would bring us binders to to each meeting that would be several inches thick with demographic information and options and different things and without them it would not have gone as smoothly or as quickly we greatly appreciate you outside in the four year there are backs and she put those together that we're going to use for our parent uh forums later this week also I'd like to say thank you to our curriculum Department Vicky LR kept us all in order and kept us organized as Vicki always does even getting the Maxs over here tonight with easels and finding easels in our district to to display those uh Barb marot was just a good sounding board at different times and Bri Moss was our one who kept track of all of our buildings uh our additions our subdivisions all of those things organized it for us reached out to Realtors reached out to uh developers found out what was on the table what wasn't what was happening and then presented that information so we can give it to our committee and finally Dr Windam um bless his heart came to every one of our meetings I greatly appreciate you spending your your evenings with us uh he helped kind of kick everything off and explain to everyone what uh the background history of how we got to this point and why we were expanding some of our elementaries and remodeling them and then he was there to answer questions as we went along and that was greatly appreciated and now I'm going to hand this over to Dr L and allow him to kind of explain the background thank you Dr Dr L and members of the board what Dr did not tell you is that U he was gracious enough to give me the easiest part of this presentation so I'm going to cover um some of our current reality uh our goals and some guidelines that really drove this process of this them so what we're uh you what we can see here is uh again our current reality we have seven elementaries uh and we really have three distinct sizes of Elementary uh the first two at Cedar and River bir are our seven section schools and then we have Hickory and Sycamore that Range four five sections and then we have maple Pine Tre White Oak that are three or four sections and the one of the things that's important on this slide is just the ches that presents and the equity of what we can provide for student services at each school so again one of the things that drove this processes to be able to find that Equity when we take a look here that's that's what we move towards uh a much more balanced approach U when we look at on on one side we see Hickory P sore those grow those become four to five Section Elementary schools and then Cedar Maple and River birs become five to six section elementary schools a much more narrow lens of with in order to navigate providing equity for our students and our families uh from from our current we have range anywhere from 3 to seven and sometimes even eight now we're we're looking at four to six a much more uh balanced approach uh for our kids families teachers and staff so as we look at uh our goals uh was clearly um what drove the process for our boundary addressment was to balance our elementary schools provide equable educational experiences to all of our elementary students and the previous two slides you know really the current reality makes that difficult as we move towards that more balanced approach we believe uh we can provide we can meet this goal so as we approached and started this journey um with this team we we wanted to establish guidelines and parameters uh one of them and uh mle hard alluded to that earlier is the impact on kids and we we strive uh to move as few children as possible and we also need to look at several other factors uh and really the demographics uh of each of our schools we want those to be as balanced as possible uh as we move students around so we want each of our elementaries to have a range so again that we can have balanced Approach at each of our elementaries another important one is to maintain neighborhoods really you know you know kids in the same neighborhood need to go to the same school so really wanting to avoid splitting neighborhoods and this last one's new for us um in the past we we've gone through this before we've always added a school uh and this one's different um we're we will have one less Elementary moving to a preschool we wanted to make sure that we focused that on those children keep as many white oak children and families together uh as we move through the process again just uh some guidelines that drove our work and one of the cool things was you know watching the parents uh and all the members of the committee be driven by these guidelines and look at all the data in order to find and again when Dr K gets shows what this led to knowing that we had to be driven by guidelines going back and forth how how to weit each one and how to end up getting the best results for kids and families because that's what was important this is a quick look at our current map again part of our current reality um you can see through the middle right above where it says white oak that white line is Rockell road so that divides our north and south and a couple things to note in our current reality is white only Elementary that was uh that went to uh through our feeder system that was driven to both sides of our boundaries so uh it was split through our North and South boundaries and then you'll also notice how Maple at Through The Years uh how it's begun to change as we've added neighborhoods and balanced our um enrollment and it used to be just that one perfect square rectangle and then we've continued to add so it's become a little bit more chopped up over years as we need the balance enrollment this is my favorite map uh it it is can be difficult to look at but each one of those different colors is a neighborhood and so this is something that we had to look at and again our goal not to not to divide neighbor not to divide neighborhoods but again just a quick glance at our school district and all the neighborhood uh up in the corner the red one uh that's part of the riverb district that that was important for us to consider because uh that is not a gigantic neighborhood uh what that is those are Farm fields that had the potential to be neighborhood so when we look at U our future needs not wanting to do this every 3 or four years we needed to look at areas of potential growth so it happens to be my favorite map but I'm not sure if it's everybody's favorite map so that's again that's just to take a look at our current reality and some goals and things that drove uh this process then now recommendations all right this is the exciting part and we are going to present recommendations to the board in a slightly different manner than than what has been done in the past we have five maps that we're going to present to you but we've divided the district by north and south and what I mean is we' looked at the schools south of us36 there are three of those schools and we have two maps for our Southern boundaries then we look at the schools North and we have three options that we came up with and we felt like we could pick the most of the best of those options and when we did could slide those together um and we actually happened about that kind of by accident Teresa one night brought in some large large maps for us to really look at and she had cut them cut them in half right down Rockville Road right excuse me right down yeah Rockville Road or US 36 and we looked at it we said that's the way to present it that makes sense like we can just look at the southern boundaries and the northern boundaries so that's what we'll have for you tonight um Southern schools are listed as one 1B and 2B North is 1 a 2 a and 3 a so the A and B to notes either north or south and uh we will start with uh kind of a little bit of a highlight this is our current boundaries Dustin just explain that and we will start with the southern boundaries and kind of highlighted here in green and currently that is part of white oak and we decided as as he described earlier we will try to keep all of our white o children together in one school that are anyone that is south of us36 and that came across from and I'm glad Becky is here tonight in our opening comments uh she we said introduce yourselves tell us why you're here tell us why you're on the the committee and she really broke down and said you know I'm here to represent all of the kids at White because they will no longer have a school and that really drove you know really really drove it home to us how important what we were doing really is because you know we have over 300 little kiddos that are going to a Brand New School uh and and we kind of from that conversation and her introducing herself we came up with the idea to try to keep as many of them together as possible and our options tonight our Southern options will keep all of our southern white oak children together the northern options will keep all the white oak Northern kids together so it it really has worked out well and I want to say thank you I'm glad you're here tonight Becky because that was really an important part of our whole process uh schools currently in the in the southern portion that we're going to look at would be Cedar Hickory and pine tree and these are roughly uh the the enrollments and demographics right now um and you can kind of see where we look at currently where we're at free and reduced in in our different demographics so our first option for the southern district would be option 1B as we term it all of our White Oak children will go to Pine Tree um and the the major changes here would occur right around Avon High School right around Avon High School would be um windmill and um Windmill Point and West Wind additions along with Glenfield those would move from Cedar to Hickory and that would be the big change um and by doing that we move about 25 students plus all of our southern white oak children which is right now we estimate to be about 100 kids um this is nice because this includes the fairwoods area moving to Hickory which allows Cedar more room to grow and Glenfield moving also provides probably the maximum growth for Cedar as that settlement uh area begins to grow and by doing so our demographics would look like such uh we estimate that cedar will have somewhere around 665 students Hickory will be a little over 500 and pine tree will be in the 466 range and you can see the uh impact on free and reduce rates and this particular model has the best balance between free and red stes you will notice in the next option that we present pine tree will not change and I will show you why here is map 2B for map 2B again all of our white EG students go to Pine Tree there is no difference in Pine Tree in either map the biggest and the only difference really in the southern map is Glenfield Glenfield will stay at Cedar in this particular model uh and by doing so we we just felt there weren't tons of options in the southern part of the district and so by doing so we move way fewer students uh as a matter of fact I think we estimated we would only move five or six students total besides the white children um and it's still allowing for growth in fairwoods because that would still attend pickery um and finally you can see the uh demographics there's a little bigger split between the free and reduced rates in this particular model and that's because Glenfield shifts it just enough to make an impact on pickory so those would be the two models that we proposed for our Southern boundaries I will say in our Northern boundaries they are radically different these were very similar and there just wasn't tons of options at the time that we went through every time we came up with something it just our our it wouldn't work out really well um but as we move to the northern boundaries it would be up here where the the green Tri or the green square is and we look at sore Maple part of white o and River Birch and our first option um excuse me for our first option these are the current numbers and you can see one of our big concerns is River birge where there's a big disparity in free and reduced and demographics um and we would like to try to balance that we found that's been one of the overriding overriding principles here in Avon for a number of years ever since we've with at redistricting to try to balance our demographics and our our SCS we find that that makes a more Equitable experience for all of our kids and so this is going to really hopefully change for the better in some of our options so our first option is this one and this was one of our very early maps that uh Teresa brought us from some of our conversations um and you can see that upper part where River Birch had once run all the way across the top is no longer like that but rather River Birch kind of includes part of the bottom section now and would take up all of the whiter children from the northern part of the district some notes about this northern part it moves the most children we move over 410 students plus about 153 we estimate from White Transportation efficiencies are better in this model uh we have buses not going quite as far especially buses going to River Birch aren't going quite the same distance but the tradeoff on that is that we have the largest disparity with our our sces and our free and reduced rates and even in some of our different different demographics and that's kind of demonstrated in this slide um you can see we've narrowed the gap on some of our demographics especially with our free and reduc rates but we can do better in a couple more of the slides that you'll see shortly our second model um kind of came back to conversations that we had and several several of our committee members said what if we go back to something similar that we've had can we can we kind of tweak it a little bit and this was this was the last two models were kind of a result of that that one night conversation several of these came out and then they were tweaked over and over and over so this 2A model you can see Maple runs um kind of along the bottom and picks up some River birs children uh it moves only about 282 students plus again all of the White Oak children it is probably our most balanced in terms of demographics and and free and reduce rates are SS and one of the I guess one of the uh downfalls to this particular model is some of those newer subdivisions that were placed into Maple are not part of maple any longer and that would be kind of like Regency preserve Regency Reserve Regency Estates some of those type of areas that before they were built they were designated to go to Maple uh to take some pressure off of other schools those will no longer go to Maple so that's a little bit of a something to consider at least and those children will be part of those 282 that are moving and as we mentioned you can look at our demographics here really really B B in terms of free and reduced rate um really good uh and then other numbers across the board look probably as good as we could get them and then our last option is again similar to that but what we did was we said can we include some of those Maple school um boundaries that are present in other words the the part going up includes a lot of the Regency um Regency preserve Regency Reserve Regency Estates some of those newer newer uh subdivisions that have been built recently and keeping those in Maple and doing so the map would look like this this map has a boundary I believe of Avon Avenue between River Birch and either Sycamore or Maple and it is probably from a map maker perspective one of our parents also happened to work for a map company he said this is your cleanest map in terms of straight lines it looks nice to the eye it's a feeling um I'm not sure if that's really important but it was to him which which was good and it was an interesting perspective that it that that that he brought to us um within that the SCS is probably the second best overall and we maintain some of those neighborhoods at Maple again all of our White Oak children would attend Maple and we can show you a quick snapshot our sces you can see not quite as close but but better than the first option I believe um and then again you can look at some of our demographic members those would be the five options that we present to you and then I'd like to just inform you of some of the next steps that we'd like to get some Community input that we will then share with you uh we will update our website tomorrow morning with the maps we've kind of held off on that we'll have the maps part of this PowerPoint presentation we'll put up just so our community members can see that that map or those Maps may be found on our website under about Tab and then it has boundary adjustment Stephanie telling me on PR right and so we've got all of our summaries from our meetings there some pictures of some of the remodels and constructions as well as we'll add the maps tomorrow um the next part is we will be sending out a survey to our elementary parents anyone uh I think we can Target that survey to kindergarten through third grade students so so the families that'll be impacted next year to get feedback that's one way we're gaining feedback and then the other way is through two open forums we will have at Avon High School this Thursday and a week from this Thursday uh it'll just be an open time we'll have the maps on display we'll be there to answer questions and our community members can come in and give give feedback as to uh their opinions or just simply ask questions about why why is this like this what's the advantage of this map over that map and hopefully uh we can answer that a lot of our elementary principles will be there to help us with that as well as Dr Le and myself I think a couple of board members have even volunteered to be there which we greatly appreciate we appreciate your support and that is our presentation if you have any comments or questions Dr l or I could answer if we need to and I provided for you a copy of tonight's PowerPoint uh as well as the report that we kind of put together um one of my questions um goes to the area around River bir going to be developed even one of our emphasis or one of our points was to to not make River bir a smallest possible but to reduce that enrollment so that we could allow for that future growth a lot of our conversations had to do about where's another another subdivision being built like fairwoods was one example that's why it ended up in hickory's uh School District along with the settlement stain in in Cedar so we can balance grow there same thing around we know coming around uh River bir maybe in the next 3 to 5 years we don't really know we're guessing 3 to 5 years that will begin to be to be developed and when it does it will really impact the River Birch uh community so we try to reduce the enrollment for that syamore and Maple they're pretty land left I mean there's a few I saw there's a few red red Fields left um but around River the developer give you any idea how many houses we projecting for that area around River bir so it was a it was a very large number but it was a 10 to 15 year buildout correct yeah once it started it was going to be 10 to 15 years and I would guess I say I don't even know if I would say because I think it was very tentative and they were in the process of going taking that to the town for approval so I don't know that they want us to share it was a large number but they there were um different levels of homes uh that were going to be a part and even some um apartments or condos kind of so it it was U but they emphasized this this was they equated something like Bridgewater that Bridgewater took a long time to develop fully and they can see that this would take even longer than Bridgewater okay because also getting I saw the um wccd started plans foration of to the car PL which as well would be residential I didn't know if there was I'm not even sure you on that on that land yeah we were aware of that I mean that was made aware to our committee and to uh I think at least internally we were aware of the station and those things coming online soon too concern is that we have um Shockers on for when that land does develop it will take a while has a lot a lot to go on but a lot for them lot of Hoops that they need to jump through get to that but nonetheless that is going to be developed and it's going to be resal um so I just wondered how much of a cushion will you uh we I I think River Birch is right now we're guessing just under 600 students depending on again it depends on which model you pick but somewhere in the U 586 to 596 current enrollment not what it was built for but what's its current enrollment its current enrollment right now is 7 push I will say last year they I think had 814 students it was the second biggest in the district last year now they come down from that that was a lot of fun that that was yeah as a parent trying to pick up or drop off I'm sure it was a lot of fun yes as Mr D knows and I I liked when I was reviewing this that um Li would primarily go to Pine Tree given that will be from W so I think that's a nice transition and that's just a real nice there's some familiarity there schoolar face right and and I'm hoping you know maybe some of the teachers will follow as well I know that's you know that we'll go down that that that road later I thought that's a really nice um added feature for those students that yeah and I think that for for about half a little under half of the kids that'll be a good a good starting thank you for the answers thank you very much um I have a couple of questions sorry so on model 3A we talk about sc's within 9 percentage points was there a B for lack of better term a help me hurt me line where you said this model is too much disparity and didn't go forward in it so what was that not only on SCS but on el el we were a little more confined to where people live um because groups of el students or demographics tend to live together and so that was that was a little bit of a hindrance at times and we didn't want to split like that up if you can help it if that makes sense U maybe speaking languages when you keep more together in one school it's easier for us to uh address and help and serve um I would say I don't know that we had a hard hard number necessarily but we threw several out because because of the disparity disparity right now in our district goes anywhere from roughly 28 or 29% up to almost 49% I believe I'm looking at Mrs Harrison I think your building's a little over 49% um so we have about a 20 point swing right now our goal I think internally my goal was to get somewhere around 12 point difference if we could and that's based off of the last three districting when River bir was open um it was very similar I think at the time there was a 21 or 22 Point difference in in free and reduce rates and they got 12 and I thought if we could get down to that number we would be doing really well so that's and I think both of our models and again they're different because they're by North and South but they're well within that boundary or that range so it's actually under that and I felt like we did really well with that terms yeah um well I realized that e is complex because of the demographics of people that you know would live other in areas right but in several of these it's there's a doubling of e instruction in one school to another that's very um concerning to me in in the case of uh for example 1A uh River Birds would have 6.5% ell while Maple would have 12.9% right and while those numbers seem to be close we know that El instruction is very um intensive in terms of U uh expenditure of our resources in order to fully meet the needs of those students right so doubling that just feels to me very um and what I would say is I would compare to where we're at today um and and where we're at today we are much closer there than than our current if you go back a couple Pages um River Birch has about 3 and 12% so we have narrowed that Gap it's not perfect um you can make one area really good but then at the expense of some others so you got to have your tradeoffs and I think we started with um I would say SCS or free reduced rate and then went from there but yes I I know why you're saying but I think we're better in our Maps than we are currently right were horrible then um not as bad is not good so great um and that might be one of the reasons not to pick that if you're on 1 a I would say 1A has the biggest disparity in sces also as far as free introduc yes and it also moves the most kids okay so that might be one of you may have just ticked off the three reasons that it may not be the best MTH in your opinion I'm not going to say how my opinion is but Mr also oh I have only one more question was there um any consideration obviously moving of students um which ones move the most which ones move the least that's very helpful yes to have that that's good um is there any early calculation on Which models move the most teachers and which one move teachers are going to be a whole separate category we are going to start in January and um follow probably a similar process that we've done in the past what we will do is give every teacher kind of an option here's a option je so it is independent of this other than we will have to staff certain building at certain levels um like Maple obviously is going to see an influx of Staff just because they're going to be a bigger they're going to go from a three section four section building to a to a five or six section building so part of that yeah part of it will depend on Which models we have but part of it is just the structure of the of the remodel building themselves schools themselves yes but that's we're going to do that in January and February but it is but you anticipate that the same Dynamic that we've enjoyed in the past in redistricting with teachers being able to indicate refence exactly and that's what that model would still be followed yes I'm glad okay I'm glad you asked that because this afternoon CHR and I don't know if she's here oh yes she's here yay so we met this afternoon um on that very subject and went through I think the options we're going to look at would be um like I want to teach this certain grade level I want to teach in this building I want to teach with this uh partner or this other person or I want to stay where I'm currently at I think three or four that's kind of a rough track right now based off of kind of previous three districting and options that we've given teachers so we'll submit a survey out to teachers let them tell us and then we'll start placing them where we can I think in the past we've been somewhere over 90% of the first option like 92 to 95 ballpark I I maybe higher um I was trying to remember what Dr Morman had shared with me before she left and we are going to go through that's what we met on today to begin that that same process that will start right after the holiday break okay and then I can fill you in on that too so i' glad you ask that's a good question Mr D couple of questions and comments and just for the group um my first experience is the White Oak to River bir tree District being of 11 years ago my daughter went through that I'm fortunate enough to say that my daughter will graduate in spring with her best friend being the young woman who was her best friend in her kindergarten at first grade at White Oak who Moved Riv with her and they're going to graduate from high school next year still best friends that's exit so I get that and that's always going to be in the back of my mind um I'm I'm most interested in the impact on the white parents um and I just want to make sure to have you confirm just here to confirm that as a starting point in all these Maps white split because of the boundary north south and the white parents are generally okay with that or at least digested it yeah and and what I would say is White Oak is split now so if you live North you would end up at Middle School North if you were South you Middle School South so so we kind of maintain that traditional split if you will they're going to just they're going to separate at some point anyway yes they were going to anyway regardless so we just kind of kept that boundary of us36 to kind of maintain the boundaries within the district have you heard from those parents a preference for them to move to map over River um I could I let Mrs answer that as a parent of course yes go ahead so the the general thought process from a lot of the parents I talked to has been um out of all the schools in the district river is the last on the list it has nothing to do with the school or the it has more to do with the drive quite frankly it's if you look at all the the feeder subdivisions that feed into white oak we live less than 5 minutes from White uh from White Oak um we don't really live too far from our school and we were used to that dve and driving all the way out to River is not ideal when you're trying to either drop your kids out before you go to work or um taking them to before and after um and things along those lines it's not super convenient when you live over say in Lakeland Farms which is where we're at or even a little bit further closer to say Raceway and that was some of the conversation that got us to map two and three for the northern part was based off the we that Mr has just shared that's helpful thank you most of us thought that we that honestly that I've talked to the people I know um figured we when we moved here oh really yeah justed where we live didn't work out that way no um so couple comments the southern options have the difference in the number of students mov is 5 25 yeah it's pretty you go to the northern about 400 kids in my the way I read that this may be unpopular but in the southern options there's no difference between 5 and 25 moving the white families and then a very small number so the number moved in the southern half discussion is less relevant as it is in the northern Ming hundreds of kids and families then that becomes a heavier weighted variable cor um and then I I agree with everything as wward said about SCS and the diversity mrix I think that should be the first and foremost Cornerstone of once you take into consideration the impact on the families and those kinds of things um and and also talk about growth that petrifies me as well so those are again my my two team members here are already talk those I will points as well the third point that I want to just add as a comment to his Transportation um this mentioned the distance that fames drive and having now sort on the board for a couple years I see what the issue is in the district for transportation as a parent in the past in Milan years we had the experience of kids being on buses 50 55 minutes and someone Riv KS because of his book so I didn't see a huge amount of and that's where that first map came in that's kind of where we started uh with those maps and and then um they mored into the next two part of that to ability to to balance demographics and SCS things like that became really difficult so I didn't see a ton of what Transportation was yeah and and I will say to their credit because they're the ones who started the maps and and they had a big voice in that but they also listened to the committee as what the committee felt and I I kudos to them because I know I I'm sure there was pressure on Teresa to create a transportation friendly map and um and and she created the best match Force possible regardless of I do think as we go further discussion the impact on Transportation should be in the equation because that is an impact our so I just don't want to lose that as a PO point you know we talk about the other things I'm thinking about diversity I'm thinking about room for growth and I'm thinking about impa on Transportation as the fiscal impact on the district but also the kind of Social and mental impact of a kid just got to ride a bus for 45 or 50 minutes in school so well and practically speaking with an Aging bus fleet that most of our buses or many of our buses are up to 12 years into their useful life you have to practically match what would put l miles on those buses as as a consideration as well I mean I I wish that we were able to fully fund our transportation program uh in a way that would and and Kudos of course to our maintenance people who keep them fa always passing inspection Etc but you know like anything if the useful life is being depleted because of the way that that demographic works out it's a much less consideration that those children but it also as practical matter has to be thought of again as we go through this process make sure informed on differences about these choices imp L do we do we have any idea right now what would be our longest bus route current our current current uh I'm going to defer to Mr the longest one we have now about5 minutes it does come Wind River thank you I have another question um was there any thought given um to because this is what I hear from White parents you're just we're just going to go to Maple right that's that's their thought process so was there any look at just that transition cuz it seems like about the same number of students now obviously we need we need to support riverb because it is we need to help relieve we needed a pressure relief Val River Birch but was there a look at just taking those students so they were still staying together as a co-art and taking them to M may have put them over in enrollment but to me that seems like an easy transition and I'm sure there's a reason why we aren't Hing yeah I think if we put the two schools together at that point we would be pretty close to maxing out um Maples new kind of predict projected capacity uh and then we would also have kids you know in the southern part of the district going to to middle school north and I don't know if that is relevant but we've always used that divider of us36 so that's kind of where we landed on that keep the two groups at least together I think easier transition yeah and it's one I mean it's still a transition obviously going to the west east the north whatever but I just wonder to me that would keep that cool together yeah and by doing that it would be a struggle to to get like River purchase numbers down to allow for that future growth to that's the other kind of component of that thought so right so you need we need more to absorb some of the river bir children thank you thanks any more questions U thank you and thank you to your committee um s like they had a great committee but very challenging and we've heard updates throughout the process so thank you to them for that commiss we will pass it yeah they uh given the circumstances we did really well I feel like given the pandemic and everything else going on in the world uh they were willing to give up their time and effort and deal with masks and social distancing and still sharing thoughts and and our two principles did really great at at throwing out some of those thoughts it was good it was it was a fun experience so thank you for joining us tonight too all right so th the next two Thursdays it's going to weate an opportunity to look at the closer you're take going to have pen and paper and ready to take thoughts surve thank you [Music]

as we go through decisions and our work of the corporation this evening we're gonna jump right in we have some exciting uh student recognitions this evening and and uh as well as uh staff recognition so i'd like to start off dr roberts if you would start with our first one yes thank you mr colwell it's been a while since we've been able to bring students in and recognize them so although we've had to shift adjust and move to e-learning today we are grateful for the opportunity to recognize some very special students from tonight columbus north high school so i'll start off by having the columbus north golf team uh through sievers mr lewis who might be stepping up anybody ready to introduce our our middle attitude lord winner scott that'd be great thank you thank you 4.27 grade point average seven minutes but the fact is one of the best attributes i can't tell you how many times a parent has come up to me after a match [Laughter] can we at least give you an elbow oh yeah watch the chords natalie if you'd stay up here for just a second nick if mr williams if you could grab the screen pop that up there we would like to get a picture of you in front of our bcsc uh backdrop uh coach mr lewis id if you guys would like to step up there we will stay uh back but allow us to get a picture again for from tonight for for natalie so while you're taking that photo i've had the opportunity as a as a recent retiree to spend some time at otter creek this year and one of the one of the joys as scott mentioned is just watching natalie work on on the practice range and it's like oh man that swing if i can only have that swing for myself and it's just just an old guy i'll never have it but man it's just fun it's fun to watch natalie and thank you thank you for the commitment for representing uh our school corporation the way you did yes appreciate it congratulations again natalie i think it's important to note i think these are some of your teammates with you and that's a special thing and and i think representative of the culture you've created coaches with your team to have them here this evening so thank you for doing that that's fantastic okay and i did not advance the slide and uh quickly enough but as we get the screen back up you can see a photo of natalie from her receipt of the middle attitude award at the state finals okay we'll move to our next round of recognitions we had two outstanding cross-country teams from columbus north this year both the girls and boys programs i think were ranked near the top of the rankings all year long and from third place was columbus north girls cross country so coaches or mr lewis from girls cross country good evening mr slater thanks for having us we uh we had a great season this year we were ranked in the top three all season we had an undefeated regular season and we won our i may get my numbers off a little bit but i'll air on the upside we were i think we won our 34th sectional in school history and our 31st regional school history and our eighth semi state in school history and we were led by mackenzie barnett who finished seventh overall and we finished third place over on the state good outstanding season if we can get the girls up here it's just going to be too funny if you guys are slow getting up here come on just watch the chords what you just maybe introduce each of the girls uh first here is brianna newell julie kloss lilly baker mckenzie barnett jessica meza abby jacoby and ellen white and then coach weaver is in the back go ahead coach yeah what a great year ladies yes congratulations coach your teams your team's prowess through the year and the way your testimony about them i read in the paper were the practices that really happened starting about nine months ago uh and and that led to that just what what uh we saw you guys around town we saw you running we we know the hours and miles you put in so thanks thanks again for uh reflecting the best of this community in the work that you did and and the best in yourselves it's well deserved congratulations second or first next year okay i think well on that note on that note coach from a student class or grade situation mackenzie you're a senior yes and everybody else basically sophomores yeah so looks like we have some good things maybe to come and they are if i brag for just a second they were invited um and uh to run into national scholastic national championships this weekend okay so that was uh is to my knowledge that's our first girls team to be invited to nationals fantastic looking forward to see how things work out for us next year girls we'd like to have a picture as well in front here so coaches girls we could gather in front do that real quick so we can know it's a 20 20 picture if you all leave your masks on definitely remember this one yeah that's a great congratulations well done we're working mr williams here i'm pretty sure there'll be a motor on that next year good point um we also did have a photo of the girls from from the podium up at the state finals with her third place finish congratulations again girls all right then we also did have this year's state champion for the boys the first place columbus north boys cross country team danny yes and thank you again for having us i'm super i enjoyed your comments there to start off the meeting yeah we again we had a we had one loss this year at sectionals other than that we won every meet um it's a great year you know and talk about the boys and the adversity they've come across the past eight months as well you guys all know every kid has but the both programs are showing resiliency and accountability one another into a common goal and i think that that says a lot for columbus north athletics and bcsc as a whole i think and we want to thank you guys for demonstrating that type of leadership uh for us to follow in terms of how to how to attack school from here on out um in the midst of a pandemic and uh we want to start there giving us thank you for giving us the opportunity to race and to train and trust in us as coaches to keep the kids safe and and to do to to do what we love to do and give them some sense of normalcy um in the midst of a year that's just been uh paramount without that so we appreciate that but yes we're state champions we'll return four of our seven and we have a great group of sophomores after that um but they have the boys want to come up yeah my assistant coach is andy key faber he wants to come up as well our three seniors are colin pruitt austin polkowski and andy store and then we have four juniors matt newell will keel evan carr and reece killed kilbarger stump very good fantastic year yes fantastic guys coach guys a very consistent year as coach fisher mentioned i think the only loss was in the sectional but there's probably a reason for that i don't think that everybody ran as we as we did what we needed to do to get to the eventual finish line which was winning the state championship right so a great job all season again ran at the top all year long i think even at one time was right number one in the country uh perhaps and some of the rankings that uh that that they put out so congratulations on a great season and we look forward to seeing what the the four that remain i can do and the other three heading off to run maybe the three seniors all of you running a couple of you okay okay yeah congratulations awesome congratulations on that let's grab a photo of you here real quick in front of the backdrop welcome so [Laughter] dr roberts i think we have to also especially remember that uh our coaches had a pretty tough uh act to follow and and uh coach weinheimer and his his uh for years uh good good record so to continue to keep this program uh both these programs running where they have been that's that's just a fantastic for the coaching staff as well thanks for your dedication timer left things in pretty good shape i'm sure he is proud of the job that has been done with with that program both the boys and girls level congratulations again coaches uh coach stever coach white coach schluter coach weaver uh coach fisher coach key favorite uh your leadership paramount at this time uh strange times for all of us and we appreciate everything you do for our kids uh mr lewis so brian still there he is mr lewis is your first year with us and a great great fall you've had a very successful one and uh it's it's great that we can get you a ring this early it's that's it's a neat thing so congratulations uh mr lewis on on this fall as well and students again congratulations for a great year natalie the entire girls golf team we recognize natalie but the team finished sixth i believe so maybe just missed the podium so a great finish with our girls golf team and congratulations again to the third place cross country girls and state champion boys awesome finish [Laughter] now if you're smart you'll get out of here and like last i didn't forget to also show you the photo there's our boys cross country championship team from the podium good looking bunch of guys yes good team i'm kind of anxious to get to the point where i can wear my hair like reese that's you know retirement retirement one of these one of these days florida all right we are next presentation awesome again to be able to recognize our kids this this evening uh we're also getting into presentations last week last month with the opportunity here about our seo program under the leadership of sarah frazier and tonight some important work that's being done in our community through our schools with our food pantries so mr lewis is here from columbus east and greg be patient with me as i fast forward through some slides i probably could have done this more efficiently somehow else that's okay just keep clicking we'll see yeah it's about 14 slides in so yeah the thing with this i think the slides were they had all the stuff kind of going on yeah there we go that's the spot right there you can you can take over from here all right so thank you so much for having me tonight to talk about the food pantries at columbus east and at columbus north i'm going to start with the columbus east food pantry first because that's the one i'm involved with of course let me go back there is this okay so anyway so uh we there we go so we got our start in uh april of 2013.

can you all call a call the roll please you're on mute i think mr grippon here ms ham you're on mute face here and miss helen i'm here mr chairman you have a quorum thank you uh i'll rise for the pledge let me bring up your flag where are we going oh you have a flag i have a flag fantastic great that's great oh look at beautiful oh that's nice i pledge allegiance to the flag of the united states of america and to the republic for which it stands one nation under god indivisible with liberty and justice for all i'm rusty i haven't run a meeting in a while yeah where was our last meeting it's been a while definitely but we'll have plenty of opportunity won't we tis the season yeah oh yeah so i believe the only thing on the agenda is uh then your financial reporting and a little uh report from uh madeleine as well so ben go ahead uh thank you mr gripper and good evening everyone i do um there is an audience section on tonight's agenda which is the next agenda topic and i know ms jaczynski is on with us so um i don't know mr grippo if you want to just call for the audience first if there's anything from our coven 19 email uh sure uh is i don't have access to that email so mr zinsky if you have any email uh to report um not seeing anything there is none okay thank you all right okay mr maciana i guess we'll move on okay so i'm going to be presenting my screen here to um you know give the finance committee members an update on where we are through october 30th with our budget bear with me one second here okay can you see on the screen the finance report as of october 31 yes i can okay so wait i don't have it oh which one it it's on the screen no i got a blank but that's it's um let me just guess it's titled uh or not yes it's cheshire public schools financial report the one that says narrative on it faith yeah this guy hold on let me see where you are yes yeah thank you okay we're starting at the top just very briefly the budget that's appropriated for this fiscal year is the 74.593 million dollars through october 31st we've expended or encumbered the 57.689 million so we've incumbent expended or encumbered and mostly encumbered 77.3 percent of the budget the important point to note here is that we have now encumbered for all payroll expenses and all transportation expenses so that that's included in the 57.7 million dollars um and you see here i'm projecting that we will hit our budget of 74.593 million dollars this year and as as we talk through i'll i'll show you where we expect some variances based on you know mostly the pandemic you know as well as some offsets that we have so i am at this point certainly forecasting will end the year in balance um i won't go through all the verbiage here other than to say that i've made some changes to the report this month that i'll continue to update as we go forward but i've identified in this section the potential operating budget variances and i refer to a report which i'll get to in a second the one significant um i i'll call it a new budget variance that's developed is that because of the change in participation in our student breakfast and lunch programs we do expect a you know pretty significant shortfall in revenue coming from the food service department which the board of ed budget has to make up and we'll talk through that in a minute that's why i've had ms dyker who's the director of our food service operation to join the call with us in this next section i provide an overview of the variance offset which i'm going to come back to if it's okay with the with the committee members because i think it'll make more sense if i walk through this this high level summary which um you should see on the screen now and miss ham that's it's basically on page three of the report it's up now thank you okay thanks okay so what i'm showing here is really a view at what i believe uh based on our current run rate and using our projections will be our major [Music] cost overages due to covert 19.

right now there's i don't know i think 20 on the website but tons of districts just don't even advertise because they've advertised so many years and they can't even get applicants so they put advertising so if we really wanted to fill that one to 500 or 1 to 700 ratio we would probably need 90 you know tomorrow so that's going to if we ever i mean that's that's a dream that's a goal we all have but that's going to take a lot more people to fill that and so really just i mean our main the main thing we do is not a counselor we do we do counseling we can counsel we have we're highly trained in counseling mostly we do assessment and evaluation for special education so we're involved in all of the student improvement teams in the buildings we talk about interventions that we can do before kids ever get to be evaluated then we participate in that evaluation we do transition to post-secondary things like students who might need to go on to a local cddo like cof or something like that we're very involved in helping families with those types of things we have very specific training in things like crisis intervention suicide prevention suicide screening if we have someone call us and say hey we had a student who made some comments or wrote this on a paper and the counselors do this as well but go in talk to them decide what the risk is then sometimes we have to make that phone call to parents to explain to them what their child may have said and what kind of supports they need to get the child and what direction they need to go to get help for that student those kinds of things um specifically needing to to be highly trained in the exceptionalities that we cover in special education so like learning disabilities autism again things like dyslexia that's the new buzzword in the state well school psychologists have been trained in dyslexia for years and years it's not new to us so having it be so prevalent and the latest kind of push in the state it's right up our alley um we definitely don't have all the answers though that being said because it's changed a little bit it used to be that we've never looked at school psychologists to do a dyslexia diagnosis those came from medical professionals or came from the outside now we're looking more at we would make an educational diagnosis so there's a lot of changes a lot of things going on in our field really do a lot with evidence-based intervention so if a student hasn't gotten to that point that they need an evaluation we work with the team on what kind of interventions we can do to help that student so that maybe they don't ever get to the point of evaluation or if they get to evaluation and we say well they don't qualify we can do things another way then we go back to the school and say here's the things you need to be trying in order to help this student be successful because everything just goes back to how we can help students be successful in school and the things that you know we don't know that people really think about is when you are doing an evaluation and you have parents give you information and you get to know that student and all of a sudden bells and whistles start going up and you have to sit down and have a really hard conversation with the parent to maybe tell them for the first time that you think their child may have autism or that you think their child has a learning disability so those are big hard decisions that are not fun for anyone and then again helping them what path they're going to go then to get the help they need or to get a specific diagnosis or medication regimens or whatever it may take again to help that student be successful but not easy not easy things to do and so really we just wanted you all to be aware since it is our week um what we do and again the shortage but like i said we're very fortunate and thank you for that that we have what we need in our district um now i'm leaving so you have to replace me yes i am the current president-elect of the kansas association for school psychologists so uh president-elect it's a three-year term so i do president-elect then in january i will start as president of that association i will do that for a year and then the third year is past president which i will also be in charge of certain conferences and duties and we have about 200 members give or take um practicing in the state right now that are members of the kansas association of school psychologists so and i was just telling monique right before this started we had a really successful fall conference did it 100 virtually and it went off without a hitch it was unbelievable the amount of time and effort that was put into it had great speakers social justice is one of the big pushes right now in for school psychologists across the nation and so we had some training on social justice we have training on dyslexia so yeah we have that once a year then we have a spring conference that usually has more to do with like academic pieces i was fortunate enough to get to go to baltimore last year you didn't pay for that but you did give me the time off for that so i appreciate that my organization paid for that to the national conference and it's just and it was a week it was a week long it was more than a week but amazing bits of information there this year that's going to be virtual too unfortunately so i don't get to go anywhere but right before it was it was in february yeah yeah so thank you so much and let me know if you have any questions student recognition by the way i'd like to thank stacy she's in my building a lot i know she's in matt's building a lot and the things that she does and the advocate how she advocates for kids is unlabeled so she does a tremendous job in the profession that she deals with uh we're getting ready to do the cross-country team and i'll just talk a little bit about them as they're coming in i think three out of four there uh four kids made the state this year uh they still had to go kind of through the voucher system and they had four of them uh as well and i don't know where we're gonna put everybody this is mj huff she uh was one of the in the top 50 at state participating we have lillian she was in the top third thirty twenty eight and then you were ready four forty four and thirty thirty thirty four and twenty twenty eight that's all right and you're fast these two these two uh got to go and did a tremendous job there the cross country team and i can let you know how hard it is with that he gets really fired up with how well these kids do it's cross country truly is a cohesive group of people i mean and they it's it's a different type of uh sport than any other sport out there because i coached it a long time apart and man they cheer for each other and they grow and learn and brian pear is our uh he's our senior that got to go this year the first time er and was this your first well i've been through three times seth was not here tonight he's at the play uh he this was his second time to be all state he was 19th this year he's good and seth has done a tremendous job uh but again guys these people put so much time and effort into it and being a cross-country coach for the time that i spent with these kids when i was coaching i see how they grow and from the time they start and how they really uh strive to make everybody in the uh feel better you know when you're in football you know you want your team to do really well but you don't get to go off to the sidelines sometimes and get to watch you know them because you may be playing at the same time these guys get to watch each other do the races a lot of times and and the amount of camaraderie that the girls and boys put in with each other is really a cool deal so congratulations on the great yeah yeah so slide on over so you guys you didn't have your picture [Applause] congratulations [Music] um [Music] you just get to see bits and pieces tonight but this is part of the reason why the school year is going so good that's right kids are participating working hard so good job guys you go around the other one you guys either go that way whatever the next group that we have is the uh ku honors uh you have to be in the top 10 of the class to give you so this is the top of the topic right here that and a few of them are well scholars bowl play things are going on but there are some that are coming in tonight and i want to tell you guys just a little bit about what what they do at the beginning of the school year usually it's around the 1st of november early in september we send in our list we get we know who gets nominated because they have to be in the top 10 of our class but normally emporia every year and a lot of other locations but emporia is usually the closest to us they get to go and head to a banquet and it used to be where you ate and all that but it's no longer where you eat you usually just go there and they have snacks and groups of kids come from their schools and there's always a large group at emporia they get to go and it's it's a we usually have a speaker there uh usually mr marshall and i and the parents are always over there they've canceled that or postpone it this year there is an opportunity that they will get it back in the spring where we can take these kids over there to to be recognized as top 10 percent or class so without further ado i'm going to announce again the elite of the elite and you'll find that that's why our class that's why i feel like the school year is going so well just because of the great kids that we have who do we have first out there who gets to go katie merkemeyer going out katie uh come on up you guys get to stand here and smile michael watkins come on out braden sawyer sierra and libby spidel and we're missing jacob he has some gender new guards after our sets and those i know they're both were here at school today they both told me they were a scholars bowl and they were going to have to do the flight again i would tell you that uh the thing that i miss is we're not going to get to go over there in november but i'm truly hopeful that guys will be able to do something in the second semester where at least we can go over there hear the speaker it's always a treat to see the elite of the elite walk up on stage and you get to see the other kids from the other communities as well but uh i always feel pretty comfortable with the top 10 of our class okay and these are some really really good kids and like i told them the reason the school year is going so well is because of these kind of kids they are the guys that wear their mask they make sure people are other other people are wearing their mask they're asking them to do the things that they need to be doing in school and that's what has to happen if you're going to have a good school year so i'll let you take your picture okay real quick and i guess last thing is they're taking their picture is this group over here in the corner that's that's why they are so good because those parents are very supportive in all the activities that we have at the school so congratulations thanks for coming thank you and that's why you get to be the principal and enjoy what you do okay written items if one thank you i'll pass that around it's also on our electronically uh bes if they have anything for dark life i like that you're doing virtual life after school anybody have anything for [Music] middle school yeah wrestling it's like almost over something right close to the flesh like you're like okay high school i think mr reed i personally did the band clinician part of that i appreciate that they you had them come and they at least got to do something for i've had a lot of comments on that yeah lots of comments on uh because there's no marching band competitions this year we brought in two clinicians and went took the kids out and did the marching on the field and then they raided them and besides just rating them they came out and they spent about an hour with them talking about individual things that they could work on to keep preparing themselves and when those things do happen when the marching band stuff has occurs and is very very well received okay so this web report uh and lindsay graf is not here tonight uh unfortunately she didn't feel very well this afternoon so you guys said go on and go on home and feel better so if you have anything for lindsay just you can let me know and i'll make sure i get it to you via email this week there aren't as many openings no it's good technology report doug do you want to talk i'm good if you have questions happiness or they're quiet yeah like a church past i appreciate everything that technology's doing to keep kids learning whether it's home or school or however it is that's for sure it's definitely it's it's in flux it seems to be more in flux right now than than it's been so we've got so we just keep keep working keep pushing um i shared with you in the notes a little bit about boundnet and i know craig's updated you about that as well so we are we are talking to a couple other companies trying to bring you know that that are interested in this area and trying to trying to bring a product in so um you know we're just it's one of those deals that was that was very it was very worrisome for us there were roughly 342 families of those we predicted that about 80 percent of them were worse or families of school-aged kids so the impact would have been pretty significant right now so superintendent report we have an american education week coming up here november 16th through 20th and again just want to thank everybody that has done just a wonderful job uh each and every year especially this year you know we just have a lot of really dedicated and passionate professionals working with our students so again thank you to all of them and we'll be celebrating uh american education week coming up next week administrators and directors went through the title ix training on october 19th we're all trained as investigators and decision makers and i'm going to be serving as the title ix coordinator for the district and they will all depending on scenarios provide that investigator um you know part or decision maker part there's that process that you guys are aware of we still may need to have you guys go through a very basic training with kade okay spsf just so you'll be aware it's about an hour long training um that we'll look to do just so you guys will be already and hopefully we never have to deal with any title nine complaints but if we do we'll kind of work out you know you know the scenarios and help out one another so for example if darla were to have a complaint in her building the investigator piece decision maker piece would have to be somebody different it would have to be matt or stacy or dave one of those people and vice versa so they would help each other out in case there's some sort of an issue to deal with so um i talked with you guys at the at retreat about uh we discussed this last year about some things that board members wanted to see graduates possess and i shared this with you and you guys want you guys to just look at this and see it a year later if these things are still the things that we need to look at and tracey's gonna try to zoom in a little bit go ahead sit down at the bottom zoom more there you go yeah so these were the things that you guys talked about last year 2019 board retreat um a lot of those things are very important as you can tell and if you have these things in your toolbox as a student you're going to be pretty darn successful so resiliency is rising to the top right very much a year a year ago we didn't know how important that was we knew it was important but yeah any questions or comments or thoughts on any of those adaptability they've really shown that we don't want that up there but they have demonstrated i'll share that list i did it last year i did share that list with our staff just as a reminder you'll notice on there again like i mentioned last year notice on there there's nowhere that it says test scores and they're important don't get me wrong test scores aren't important but man if you've got those things like i said if you've got those things in your toolbox you probably are doing pretty well with your academics so again i'll send this out as a reminder to our staff how important that these these skills are for our kids to be in you know just be very strong members of our community in the future and communities wherever they may land and locate something and then the next item the proposed hybrid learning model and i know i've shared this with you we've shared this with staff october 19th at staff in service we shared this with our people we also um have started to share with our site councils as you guys have found out um we are sharing this again our administrators and directors have kind of come up with this basic proposal this beginning point if you will we want input we're going to take input from everyone board members you guys as board members and again this is a model that we hope we never have to use we don't ever want to have to use it but if somehow someone lay in the state federal government county health department says we need to go to a like an every other day model a hybrid model where we've got kids let's say on mondays half the kids are in in school on site and the other half they'll be you know in a model where they're at home remotely learning and then on tuesday they just switch the half that was in school they'll be at home and half those at home they'll be in school on tuesday so again it's in every other day they'll still be going to school every day just one half of them could be going on site and one half could be going remotely and again we hope we never have to do this but we do kind of have to be prepared kind of boy scout model always be prepared right guys so anyway so this is a beginning framework that we have and again dlt meeting on thursday morning with our district leadership groups that we have we're going to be you know talking with our community advisory committee probably setting up a meeting next week sometime because again we want the input from everybody we want to make sure we do this as best as we can so we do again i want to emphasize we have no plans to go to this model at all until we have the direction from again county health state health or federal mandate so any comments or any questions or any thoughts that you guys as board members have on the hybrid model are you going to put the groups together ahead of time in case like if you know we get the you have to go to this then we're already ready and matt you can go ahead and speak on that sure the groups are all done we did it based upon the primary home address so if there's a kid from every building then they're all that family is a red day okay um those groups are all done stacey and ron i worked on it we got a format letter to send i mean so if it if it were to happen the only thing that we would ask is can we have a couple days before it's just that everything everything is done and set based upon that home address and so families will all be going that first you know i say that they'll be iffy if you get safe if you've got three kids and your family at home they're all going on the red day and then you get the idea we want to put families together so they can support one another help out each other so yes we created a district calendar that shows when a red day is when a great day is sent home um exactly any other questions or comments from the board or anything okay all right building report card review yeah this is kind of this is the time when we do this however we did not have state assessments last year so really the report part is really the year we're going to miss last year let's say last year before is information um if this and so the information there is it's really it's nothing new it's the same information that we had before um so this is the time we review this and uh we just left it on the agenda and just wanted to let you guys know there's really nothing new no no information it's data from the year previous so okay board reports one thing we have on here is the ksb convention and delegate assembly uh james right that information sent to me does anybody else want to attend that those things i don't [Music] and then there's the additional like law conference that's an additional cost and some other things that day but yeah i mean you could sign up and not have to wait for two days you could just pop in and out your links should work any time i think james is the only one the only other thing i have is uh i think it was february maybe before coveted but shane had brought up the idea of having a motorized flag for the high school as some schools also have that throughout the state in the high school gym and i've collected money for that so we did get all the donations covered for that so we approved just a few tonight then the rest will be approved next month so they will progress in that flag good job thank you okay capital outlay fund okay capital outlay you have a lot of information there in the public content um that just talks a little bit about uh you know what we've done in the past what we're looking to do in the future again you guys are very very in tune with our our capital outlay information tracy has a document up here um that she utilizes uh she put together for you guys to kind of show you we'll actually get the zoom out to the right if you there you go okay and this is a basic report you know from where we started the beginning of the year you can see our cash balance on on july 1 of 2020 where we stand and then the different projects that we have going on you know we're very fortunate in here in burlington that we can utilize capital outlets or improvements part of that that's a positive but then part of that becomes a challenge because you know and you've seen when you look to try to project three four five years out costs of things they change and so you know if you just approve a bond issue for example in which we unfortunately don't have to do here because our capital outlay situation is really good you can do a bond issue you you lock in your costs you do the project and you're done but with us again it's a little different because we're projecting out okay how long is this 1989 chill or at the elementary school going to last we want to milk it out as long as we can before you know we want to get every penny out of it if you will what about a boiler what about uh you get the idea there's a lot of different things we try to do so that's that document there that you can see there's a lot of different expenses that we deal with a lot of improvements that we make in while this team my fifth year you guys as a board have been very supportive of us making things better for our students and for our teachers they give them a great place to teach our teachers and this great place to learn for our students and just continuing to improve this document is the one that i remember from almost day one when i started this job that you guys wanted to see and i think sometimes i dream about this document or maybe it's a nightmare but it's it's really it's been very helpful and i want to thank tracy tracy and i work hand in hand on this and she is just tremendous you know just for us to think about different things i want to thank our administration directors too because they are involved in this it's not just craig marshall deciding what we do or don't do its administration director has given me feedback that hey we can we can push out a year or two more on this uh boiler or we can move out a year or two on this oven in the kitchen or whatever the case might be so we've got a lot of different things that we're looking at this year as you can see on the list and some things we can you can see that have already been done so we have that estimated cost the actual cost and then the date when those things have been done and one of the big items that we have this year is the bms roof and that's going to be a determination here we'll get specs out and ready for a bid in january hopefully you'll be able to prove it in february again nobody like nobody likes to spend money on a road because you can't see a roof you can see a new bus you can see a new you know a new gym or a knee jam floor you can see a new classroom first grade wing or new science rooms but a roof is pretty important and so we may end up doing half of that roof we may end up doing the whole roof it just kind of depends on the cost and the price one of the things that whenever you bring a roofing company in there's a cost for mobilization so when they come on site there's a set up cost if you will so if you bring them in to do half the roof and then the next year you do the other half you're going to be paying some you know like an additional cost if you will that next year you're going to be paying your setup costs and that's something tracy and i've talked about margarito and i have talked about do we look to do that whole roof project so when we do that roof bid in january to be approved in february we're probably going to give them you know an option one to do half the road the north basically the north half of that roof is the one that really needs to be repaired it needs to be replaced the south half of that roof is still in pretty decent shape it's not quite that i showed you some pictures of my board report the north half you can see a lot of patch and repairs so having said that we're going to probably put in option one to do half of the roof option two to do the whole roof and kind of see where we stand and look at our financial situation so um again there's just a lot of different things to consider um i don't know if you guys have any questions on that uh that excel spreadsheet something last month that jumped up what was that i can't remember what seemed like you talked about then you want to lose money or about the van that you're going to get the other the van yes yeah because that 10 passengers we're hoping to do it a year a year later but because we have some issues with drivers bus drivers the 10 passenger van gives us a couple extra seats and the staff and the kids really like those bands they're very very nice very comfortable and again ten passengers versus eight passengers it helps us in the transportation piece so anyway and then this document tracy created this is the one mill for five years information so you remember when we were doing the project we didn't know exactly what we were going to have underneath the gym floor at the burlington high school we didn't know if not we did not know if we were going to have foundation issues we did not know if once we tore that floor up we were all of a sudden gonna have to spend two three four hundred thousand dollars on a foundation fortunate foundation issue unfortunately that did not come to pass so uh when we had this extra money you can see that difference that's uh boxed in there then we started to look at that 1959 edition that first straight wing and we had those discussions and brought that up you know at our meetings and for discussion what we needed to do there and that's what we ended up using that difference that money for part of that first grade wing renovation from the 1959 original building at burlington elementary school so we used that money to help us with that project but again you can see that that project the original one mill for five years to find the science rooms at the middle school and high school as well as the burlington high school gym renovation came in under projected budget you just you never know with budgets you don't know if you're going to run into a pandemic or not run into a pen and make a run into foundation issues or not running the foundation issues so um we were fortunate enough that we were able to take that money that difference and put it to our towards a project that has just been well outstanding as you guys have seen in that first grade wing it's it's just incredible so anyway questions on this document and that one meal for five years does expire on 2022 in what's that is it chinese resolution before then right sometime in early 22 years we passed this one in january of 18 or sorry 17 for this five years so you could pass it as long as you have it done before and we did talk about that one mill for five years going away after the five years um you know something that you know you guys have seen i've talked with you about is you know we do have some different projects we have to you know we're trying to place and move things around we have a trap issue that's going to be coming up as you guys saw at the retreat that we've got to deal with um you know we've got a project like that we also if you go to the for example the football games if you go to the football games uh you look up in the light standards you can't look too long up there because it does blind you but we've got about six lights out on those light standards so there's 14 lights on each light standard so a grand total of 56 lights on four different poles so we have six lights out so when we bring again mobilizing when you bring a truck to do those lights there's a cost and when you put you put back lights you put the whole halogen lights back up or do you just bite the bullet and go to led well we do have an led project potentially for our stadium in in there and again this is probably two years ago what it could look like and then try to you know look at inflation for that lighting project when dave watkins or matt spring or charlie whitworth turned lights on to stadium stacy reed they turn them on in waves because there's once you if you turn all four poles on it once that meter starts spinning fast and then we get charged at the highest rate for our meter spinning so we turn on a pole about 10 minutes 15 minutes later we fire up another pole and so again those halogen lights are pretty expensive but the led as we've seen in the gyms for example elementary middle high school saves us money and you get so much better lit but well-lit product so you know again if you put six lights up at the stadium and a year later three or four or five more go down and then you're putting those old bolts back in there that are expensive or do we look to do that project that's the challenge again for for me and for you guys as a board of administration directors what do we do do again do we bite the bullet and do we go with a a a product that we know is going to be so much better so much more well lit and then also going to save us money so which was that i forgot that that very well approximately to do the lights led lights at this game is around 230 000.
