tuesday april 13th we are in a work study session and a brief board business meeting immediately following the work study however board members welcome tonight and welcome to those of you on live stream we have a need for an executive session uh so item 0 1.01 call for executive session pursuant ars 384 31.03 a and 1 to discuss potential appointment of rod houston as principal of mesquite high school is there motion moved thank you it's is there a second second thank you mrs humphries mr teddy it's been moved in second dead is there any discussion if there is none we will vote and then if passed we'll recess to executive session all those in favor of moving to executive session please signify by saying aye aye those pose the same motion carries five zero we will recess to executive session well good evening once again we will reconvene our work study session and then we will move into the brief board meeting we are into the work study session of tonight's meeting we're at item two and item 2.01 is calling this meeting to order and i have just done that we have a presentation this evening uh presentation of the fy 20 2022 budget and uh dr mccord i'm going to defer to you by way of introduction could you take some time and just overview or explain how it is that we have gotten to a two point or two percent and all the dynamics related the two and the three you know what dr santa cruz if you don't mind i'd like to address that at the um at number 7.3 7.03 if you don't mind and then we can go into more detail but what you're about to see um is the preliminary budget for 2022 uh presented by our assistant superintendent uh bonnie betts and in that uh will be explanations of where our current money is where we'll be going in the future and how some of those monies uh that we those one-time monies uh that we have received this year are going to be spent or have been spent so miss bets uh good evening dr mccord president dr santa cruz governing board members this this is a near final preliminary budget and and we in finance do expect this to be very nearly what we will propose to you in the first meeting in june so just to give you an idea to begin we're going to talk about the adopted budget timeline as you know the legislature has not yet finished so there is there's there are still moving parts regarding the fiscal year 2022 budget wanted to make sure that we discussed student counts which is average daily membership adm as well as enrollment and then finally uh the balancing of the fiscal year 22 budget so looking at the year-over-year budget capacity change the expected budgetary increase is expected budgetary savings and then final budget balance strategies so this is the budget development timeline and i really wanted to bring your attention to april may so as i indicated we do not expect the legislative session to end until the end of april if not after the first week of may the governor's budget of course has been presented and that many of the assumptions in the preliminary budget for next year are based upon governor ducey's fiscal year 2022 recommended budget to the legislature miss butts and you're you feel comfortable using those numbers from the governor's budget just because in years past that's been comparable to what we've seen or it has been and the only the only difference from the governor he did make a recommendation of a 1.22 inflationary increase all the information that we're receiving across the state is that it will probably be 1.23 so the 1.23 inflationary increase has been included in these projections okay so the fiscal year 2020 to fiscal year 2022 student counts so as you know it's the average daily membership that determines our funding and so you can see from fiscal year 2020 the final we had the total average daily membership of just over 33 150 students in the 21 adopted we anticipated a 400 student loss which accounts for the 32 753 students but note fiscal year 2021 revised number three where that has dropped down to 30 822 directly related to the the pandemic that has been uh plaguing the nation for the last year now and then finally based upon cohort movement so in other words sixth graders going into seventh grade eighth graders going into ninth grade and twelfth graders leaving and comparing those to eleventh grade going into twelfth grade it is estimated that we will lose 200 students at the k-8 level and an additional 200 at the 912 level and so that's the basis for that projection of 30 422 students in fiscal year 2022.

okay you're all set all right same position before i'll call to order this meeting of the school committee at 6 30 and we'll start with roll call attendance ron menino present margaret stands for president sarah bess kenny president brenda barlow present and hall present first item on the agenda is to approve minutes but i looked back and we have approved some of these already i i think the only ones we need to approve are the um the february 11th um minutes that i blew right over is that square with others okay um all right i will take a motion on the february 11th minutes or oh wait yes any questions or comments first sorry um mine was just it's it's says in 5b that we're a ski town ski i think it was a reference to ski the former name for the let's talk um i love that people want to refer to pelham as a ski town we are not um so i think maybe we can just do uh i think maybe we can just take that out like that we have a well-rounded curriculum with let's talk and an innovative social justice curriculum that sound okay any other comments or edits okay um i move to approve the minutes of thursday february 11th is there a second second um i'll go with margaret on this one um all right any further discussion nope okay roll call vote ron yes margaret hi sarah bass uh kenny i brenda harlow i and hall aye all right thank you all right we just have one public comment tonight mike is going to pull that up for us all right [Music] all right thank you um next up is superintendent updates sure i'll be brief and uh principal wedding jones will give a little more detail uh we'll also talk about school choice i mean um school choice numbers which are very promising thanks to the good work of staff particularly principal wedding jones in a bit so i'm just going to share that it's been incredibly pleasant to be at pelham i think two or three times in the last since school started a week ago monday i've been able to be up in pelham um and just the number of happy faces and i'm not just talking about the kids uh has been just wonderful to see you know i saw art deep in the kind of back part behind the library uh you know with some creative work from the art teacher lots of kids doing outdoor learning but also kids inside and learning as well um kind of meal delivery and all seeing that has gone smooth and perhaps you know pelham always has this challenge of not having a kitchen and having meals delivered and you know maybe we should have thought of this system a while ago because it's uh it's kind of a nice system and working well for pelham but you know i think the thing i want to share is just how organized it is i want to really compliment lee on you know the structure she provided for staff members um you know i've always worried a arrival and dismissal that's always my fear you know and it's been incredibly smooth and yes palm's a smaller school but it also has less real estate in terms of where cars and buses can go so you know i i don't think it's any easier than it is at the larger schools um in amherst because they have you know multiple drop-off zones and places where we've been able to have dpws painted lanes for there so there's like two loops and that's not possible uh at palm school so it really complements the staff um but just just incredibly positive incredible positivity and just even my check-ins with staff when i've been there like oh how's it going and people are really happy to be back they're really happy to see children uh and one interesting comment which i don't think i shared i think you broke off from me lee that i want to share is one of the staff members said i've been with these kids all year and i'm seeing their personalities in such different ways now that they're in person you know that it's you know it's as as as a wonderful job as they did with the virtual they're they're seeing different kids um just because in person right we're not two-dimensional as we all are at the moment and that's both literal and figurative so i thought it was a really insightful comment uh that that this person was able to give and they were able to give details that it won't get into because it gets to individual levels the film's really small just about individual students who i don't know but they were able to cite uh how differently it was working with them in person than it was in the virtual environment and just appreciate the thoughtfulness of staff so those are really the big updates i mean there's a number of things in the other items that i'll be talking about but i think at this point oh uh before we get to lee it looks like ron has a question if that's okay yep go ahead that's a my question i read in the gazette that the town of pelham got over 350 thousand dollars in federal covered money did the school get any money we have gotten some funds it's actually an interesting question uh and i'm glad you raised it we're going to talk about it more when it gets a fall of 21.

okay so it looks like we're live all right welcome everybody i'm still trying to get used to this stream yard and not be able to see everybody i'm talking to but make the best of it uh so first i just wanted to say uh right now i'm actually i'm feeling like the the head coach of a championship team full of all-stars who just got his contract extended right a really good feeling uh getting appointed the principal of the school i gotta say one of the things that you know separates championship team from regular old teams is how they deal with adversity and challenges that are bound to come up i think as a team we've done a great job so far of handling all that this year has thrown at us you know we really rallied together supported one another and we're going to need that even more now that we're transitioning to in-person learning so what we're going to talk about today you know we're going to give an overview of some health and safety stuff and some of the other details we've been working out and continue to work out about the return to in person so i mean you're gonna you know for some of us it's gonna lower our anxiety a little bit for others it's gonna raise in some areas we want you to you understand and trust us that we're trying to take everything into consideration and answer all your questions and pay attention every detail because we're all have the same goal in mind of having students have a safe and meaningful experience when they give back so as we're going through this when you have questions we're gonna have a q a at the end and we really want folks to really pay attention to what's going on in the information that's being put out so if you can limit the chats back and forth also appreciate that and so now i'm going to just jump into kind of the agenda and what my portion of it for this afternoon and so you're going to hear from you know the admin team you're also going to hear from ben from facilities also robin and then again at the end you're going to have time to answer some questions ask and get some questions answered so you know as i said one of the things with a lot of the information one of the things that i've been getting a lot of questions about and what i've been hearing has been raising a lot of people's anxiety is about mask wearing and how we're going to address students who aren't necessarily wearing their masks things of that nature and so first off obviously the adults who are going to model what good mask wearing means and for the students a lot of times when if they're not wearing a mask or wearing it correctly we're generally going to start out with a conversation we're going to try to find out what's going on with them why aren't they wearing a mask and if it happens again then they are going to be told that you know this there they don't have to be in person if they want to be here they're going to be expected to follow the protocols because we're trying to keep everyone safe this message is going to be given to all the students and the families when we have our family information health and safety information session on april 28th and also once the details are worked out of some of the things that we're talking about today and still trying to figure out it's also going to be sent the families as well so we'll have it in writing and we're working out and thinking about potentially even having almost like a sign off on some of the key elements and expectations that students are going to expect to do it here to if you have that signed off when they first get here and like in eight periods of kind of like an introduction to being back in the day and for the first day and also of course with adults we're going to want y'all to be outside as much as possible especially for like your lunch breaks things of that nature if you're just socializing and with students you know again some of the stuff other folks are going to talk about about what the day will look like and some of the key expectations around mass breaks and uh lunches and things of that nature so if i'm jumping around a little bit i apologize and whatever i miss out i'm sure that my team will help fill in the blanks okay so i'm going to move on to the next part so we know folks are going to be coming back on may 3rd and we're really going to try to create a really welcoming environment for them and welcome back all the folks that are here some sort of mini celebration of for the folks who are able and want to come back and we're going to figure out the details of that but for a lot of you who want to be involved in that it may involve as many of us as possible being outside kind of greeting everybody as they get here you know we'll have some music playing try to create a festive environment to welcome those folks we're gonna be back in the building welcome back here and also part of the welcoming back will be obviously your classrooms and how they're set up so the week of the april 26 that first week after the break that's going to be a time when you can take a day or two and make that asynchronous and come in and really set up your classrooms the way you want again trying to create that welcoming inclusive environment keep in mind of course that you also be teaching folks at home who will be virtual and the folks who are right in front of you i'm gonna leave that up to you how you want to schedule that but again we're thinking like a day or two asynchronous and then you can figure out when you want to come in if there's specific needs you'll have especially around maintenance please let me know that and then i can let the maintenance folks know because right now the plan is throughout those days that week of the 26th to have at least one maintenance person kind of designated each hallway to help with moving stuff but if you're gonna if you realize there's gonna be a lot of stuff that you're going to need to move around and rearrange the more of a heads up you can give me i can let don and his guys know and slowly be better prepared to help you along with everybody else who's going to need help getting settled in and reacclimated to their spaces at that time all right and so also one of the things that we're going to do and trying to welcome back some of the folks especially those who haven't been in the building yet like the 9th graders and the folks new to our district is to have what i have been calling an orientation but it's actually going to be more like a tour one of the reasons it's not going to be a huge informational orientation session is because we're really not going to be able to provide transportation both ways for students so we don't want to make it a big thing that a lot of folks are going to you know who can't get here are gonna miss out on so we do wanna offer the opportunity for some students who haven't been in the building yet to come in and be able to do tours we'll have a few different times like maybe nine some folks can show up for ten o'clock or at noon or 11 i mean and they'll come in and it'll be a tour we have a bunch of students who will also be are willing to give those tours and kind of do the you know what i wish i knew as a freshman kind of talk with a lot of them as they're giving the tours we'll give them their schedules and i'm going to make sure that all the students are involved in that whether they're going to be part of the tourist or the tour guides to let all of you know so you'll understand why they're not in your class at that time um those are the kind of things i want to start out with ran through them kind of quick again we have a lot of stuff to go over in limited time this is a lot of information i believe all these stream yards are recorded and you can access them through the uh our arbs um channel right now i'm going to turn it over to mickey and she's gonna talk to you about some other stuff thanks okay hi everyone um so we wanted to give you a sense of what the day looks like many teachers right now are teaching three classes and um the other half of the faculty are teaching two classes and so we want to as we thought about how to structure things you know we kept that in mind in terms of what a teaching day would look like so teachers who have a period will you know come in and teach their a period and then b period teachers will teach their b period and then we've actually devised an entire master's schedule just that begins on may 3rd that tells you exactly what the responsibilities are um after b period so this is itemized per person and after this meeting i'll be sharing that with department heads to have them take the first look at it and then we'll share it with everyone so the more the most important features will have two lunches so when students have have lunch the teacher will also have lunch and the students will leave the classroom and there will be no teacher in the building who will be supervising any students in their classroom during lunch because you'll be eating at the same time that the students were who were in your b period were eating so um administrators and um you know will certainly seek the help of you know potentially counselors the dean you know where our goal is to get students outside and eating outside on days if it is pouring rain and that absolutely isn't possible and we're also getting a tent set up outside as well um we will have you know spaces six feet apart in the cafeteria we'll you know utilize areas like um hallways and so forth so we just wanted people to know that students will not be eating in your classroom in fact you will have your classroom as a place if you need to eat there you're also of course welcome to leave para educators can certainly team up with teachers and utilize those classroom areas again like if it's pouring rain and leaving the building is not an option but we just wanted to let you know that then your students will be finished eating lunch if you had first lunch the b period students will come back to the classroom and if you are a teacher who is in your three you actually will not have those students someone else will cover those students for you so we have a couple different approaches we have some people who only have one or two students b periods we'll be teaming up but again that's itemized on a spreadsheet that we've already created so that will be a 30 minute prep an additional prep for teachers that are teaching three if you're teaching two you will have your b period students when they come back from lunch if you had first lunch at the same time let's say that number and that number tops out at about 16 however students who have academic skills aac or d period will not be with you b period because they'll be assigned to those other places so we're also doing a schedule for that as well so that number will only shrink it will not increase and then if you have the second lunch then when b period ends if you're in your 2 you keep those students and then you all go to lunch together if you're in your three somebody's either gonna come or leave you or your students will be sent to another room and so we'll work that out at the individual level so i just i hope that's really clear that that you are not going to have students in front of you eating lunch in your classroom and then the d period um teachers and there's there's a small number of you that have d periods instead of having your b period you actually will have your d period students and again that number tops out at 14 i believe most of those are single digits you'll have those students during that time so we'll talk through that um after this we will send a google meet link to d period teachers if you would like to talk more about what that will look like so i hope i didn't confuse you my goal is to provide some clarity around that that block and then also last thing i'll say is in terms of numbers so we're expecting 457 students a period that number d increases by c period the most the largest number of students in the building at a time is during c period right now um 477 so when you think about dividing that group in half for lunch you know it's about 225 students eating lunch at a time okay so i know ben has another meeting so i'm going to turn it over to him right now thank you thank you so for those of you that don't know me which i imagine is the majority of you my name is ben harrington i'm the assistant facilities director and uh i'll be giving you a presentation today about hey in the background there i'll be giving you a presentation about our custodial protocols and procedures and then hopefully i'll have a little bit of time to answer any questions you guys may have so if we could get there we go all right so we can all right so the most important thing to know well one of the most important things to know is that our custodians during this whole pandemic have actually been trained by the company that that uh provides us with the chemicals that we're using and they've been trained in a hazardous communications training which basically means they know how the chemicals work and how to use them safely and how to store them safely so we can move on to the next slide there we go what we're using is electrostatic sprayers to sanitize the school buildings right if you go to the next slide what it shows is that what happens is the chemical travels through the hose out through the applicator and is positively charged so that it'll wrap around any negatively charged item which is pretty much everything that's grouted in your rooms so it might look like they're just spraying things but it's actually attaching itself and wrapping around the entire desk chair or handle so you can you can skip past the next one it's just a video of a real sciency guy explaining what i said a little bit more sciency that you can skip past it it's hard there we go so we're using is green clean and hypochlorous acid to uh to sanitize with they're both extremely effective against sars cove too uh covid and uh they're both fairly safe to use if used properly and not in high concentrations if we skip to the next one if you see here this is really like their sales pitch but it's actually it actually has the instructions on the bottom here just look in that green part where it says that you apply the solution with a spray device yada yada and then allow to air dry no rinse required that's why if you remember back in march prior to us abandoning ship you saw the uh there was like a chalky substance we actually wanted that there there's a difference between clean and sanitized we're going for sanitized right now so we can skip ahead there if you look all the way at the bottom it gives the dwell time that's how long the product needs the chemical needs to sit on a surface in order to kill the cyrus cove ii virus in in the solution that we're using is slightly under 1100 parts per million uh 1076.

really recognize all of you collectively and want to say to our parents out there we also want to commend you for your patience yesterday the webinar i had was surrounding the issue of anxiety for parents and students as we come back a lot of our children are having anxiety uh parents are having anxiety they've been uh together with their children for an entire year almost so it takes a little bit of time and it takes a little bit of patience so we were able to give parents and school administrators some guidance and tips and hopefully we can do one in your district in person one of these days so thank you to the president of the board and school board members for allowing me always time to say hello and speak to you i will continue to be an advocate in the educational field right now we're pushing for policies and funding and everything that i know you will need as you continue to open schools and making sure that our teachers and our students have what they need so with that i'll turn it over to you and thank you so much for allowing me this opportunity thank you senator rubio for for your parents and for the certificates for acknowledging that our district is working hard and not only you know from the top but you know all around the teachers or csca employees uh and making this work for this pandemic so we look forward to seeing you at our district soon like you said um to come visit and um thank you so much for what you do and for being here in our community thank you everyone and have a good night enjoy the rest of your meeting thank you okay we're gonna go ahead and go to six we're gonna move on to on the agenda to 6.1 public comment on agenda or non-agenda items do we have anyone in attendance that has raised their hand for public comment yes we do first we have vicki davis you may unmute your mic thank you so much board my name is vicki davis and i am an english teacher at asusa high school and today i would like to talk to you about honoring mr dave lewis since his passing the associate high school staff has been talking about how we can honor a man who led a life of service there has been an enormous outpour of support by the associate community including asusa high school staff students alumni and drama boosters to have the little theater on a sousa high school campus be renamed in his memory at this time we have the support of over a thousand people who have requested we rename the theater in his honor mr lewis served ausd for over 30 years as a drama teacher and a counselor his contributions went beyond being a teacher he was the heart of the drama program he worked tirelessly to raise funding to keep the program running smoothly and provide scholarships to drama students he generously generalists lee gave of his time himself no matter what time you came to campus mr lewis could be found on campus from early in the morning zero period in the theater late afternoon on rehearsal days and even on weekends he was planning a play his joy for life and tenacity to help others was shared with all as a counselor he was compassionate supportive and caring one of my current sophomore english students was telling me that even when he got in trouble he knew mr lewis was there to help him find his way this sophomore student said that mr lewis could even make serving detention a learning experience that was fun mr lewis had a way of making everyone feel supported as a teacher i visited his office on numerous occasions to discuss a student i always left his office feeling better than when i entered it and that is because he cared about not only the students but the entire staff his passion for helping students reach their full potential his positive interactions with colleagues his dynamic personality personality will be missed please help us honor an exceptional educator colleague and friend by naming the asusa high school theater the dave h lewis theater for the performing arts thank you so much for your time thank you so much miss vicki davis next we have miss esther campos campos ball good evening board member ariana's and the rest of the board members and the cabinet i am once again like vicki davis going to be speaking to um in favor of renaming azusa high's little theater after dave lewis our beloved counselor who as many of you are aware we recently lost unexpectedly um i would like to piggyback on what mrs davis has said about mr davis i mean mr lewis sorry mr lewis always had such a wonderful smile on his face he was always there to help students colleagues you could walk into his office and knock on the door and he always greeted you with the smile and was there to support you and help you in any way shape or form whether you were a student a colleague or administration he was always there for you he mr lewis was our drama program he was you know that drama program at azusa high school function because he gave 110 of his life to that program and what a great way for us to honor him than to have the theater renamed after him under david h david h lewis theater for the performing arts um i know that it's not very often that we consider naming any building within our district after someone but i would implore you to please consider when you have to vote on the issue to rename the theater after mr lewis he gave like i said his life to our students our drama students our alumni who kept coming back to assist him year after year after year to the community our theater program at isuza high is mr lewis he is our drama program and with that said um like i said i would appreciate it when the time comes where we present this for a vote that you highly consider the impact that mr lewis has made not only for our students our alumni our community and asusa high school thank you board members thank you miss esther post ball our next speaker we have amber hi yes this is amber fish and i just wanted to take a moment to reach out to our board uh regarding the increased violence against our asian communities as of lately uh we haven't seen a statement put out from our district and that's a little disappointing given our goal to be more diverse and inclusive uh i did see that miss beau put out a statement on her personal facebook page and also our azusa city has commented on um on sorry i'm discouraging racism specifically against our asian communities as well and i'm really disappointed that it's been a while and we still haven't seen anything from our school board we need to stand up and show the school district as a community that we are here for them that the school board is here to show support if needed give them people a place to look for answers if they have questions or need support and i'd really like to see some kind of action taken from our school board that gives members of our community a place to look in these uncertain times where we face so much racial inequalities and crime hate crimes as of lately so thank you for your time this evening thank you miss amber next we have patricia sanchez hello and good evening everyone um i'm going to be a little emotional but i'll get through this um i'm here today to speak about a gentleman who has been an important figure not only to my family and myself but to many of our students parents and peers this man supported and positively affected all those who had the pleasure of crossing his path at azusa high school he was one of the first staff members to arrive and the last one to leave campus he dedicated his life to his profession as a counselor and a drama teacher not only to the students of azusa high school but to his peers he helped and guided anyone who worked with him worked um within any anything he needed his devotion to his faith was ever present and all he did for everyone he had become a grandfather a father and a brother role model to some but an amazing friend to many these words don't justify the man and all the memories we created together with him as you know a few alumni of his drama club david ochoa damian lopez and jacqueline sanchez created a remembrance of mr lewis on the east wall of the theater it reads david h lewis 1962-2021 he took the stage and left a legacy that was and always will be mr lewis on behalf of the drama booster club we asked the board of education superintendent and cabinet to please consider changing and dedicating the name of the little theater at azusa high school to david h lewis theater of the performing arts in remembrance of mr lewis for serving over 30 years with ausd along with the love and hard work he gave all of us on and off the stage may he rest in peace we love you mr lewis and we'll never forget forever your drama family thank you miss patricia patricia sanchez next we have miss meg savella can you hear me yes ma'am thank you um i have a good evening board members and cabinet i uh have two requests uh first i'd like to ask if we could please um have a moment of silence at the end of the school board meeting in honor of mr dave lewis and then my second request is to have you somehow pull or explain or defer the approval of the contract with rop for leasing out the former sierra high school site as an association leader i'm very concerned my executive board as the elected leaders of our teachers are also very concerned about the fact that we are only leasing out that space for 78 000 a year we have been very patient about waiting um for what what is going to be done with these sites that have been closed and we have been consistently told and and have put our faith into the prospect of trying to look for best ways to generate income with these properties we've been told that a one-stop shop of just selling them is potentially not the best way and that we can find better ways and we have put our faith in in that effort and have not seen any returns i'm sure that you have plans that we don't know about that are discussed in closed session and maybe we could just hear about some of those things but i really believe that for sierra high school and that humongous property even if you're only leasing out a portion of it 78 000 a year is just a drop in the bucket i appreciate the effort the movement forward to do something with the property i just feel that one we need to know more about what the plans are and two um why such a low cost low price low the income generation is not anything what i would have anticipated expected from us trying to best use that property to generate funds for our students our staff our community so i'd like you to consider that thank you for your time thank you miss thanks developers are you present yes hello thank you first off condolences for mr lewis i never knew him but he seemed to be an amazing community member and teacher so good evening everyone i'm celica louisa preferred pronouncia i'm a parent of two students attending school here in the district and a previous elementary educator in november 2020 a board meeting had numerous presentations from various organizations on the importance of anti-racism in our district and how we can bring more diversity inclusion and equity in our district to ensure all students feel safe and supported members of the board seem enthused and on board with the theology behind each of the presentations i am here today calling on our board members and district to move beyond theology and hold the board accountable to take action i'm aware that since then a dei committee has been made but further and more immediate action is necessary two days ago another black man lost his life to systemic flaws for the past few months our asian american and pacific islander siblings have experienced increased violence and deaths it is critical that our district makes a statement condemning racism showing the azusa unified school district value of being student centered we have black brown asian american and pacific island islander and many other students of color that need to hear and know that they are safe and that their community cares for them and their families according to maslow's hierarchy of needs people need a basis of safety before working towards self-actualization our students need to know they are safe additionally before spring break during the drop-off of one of my children i overheard a substitute telling a crying preschooler quote calm down big boys don't cry this was not my child yet i felt the impact i've spoken to the principal yet i bring this here tonight to exemplify concern over racism and gender bias in our district this isn't the first i've heard of discrimination in discussion with other parents as well as high school students in our district i've heard of incidences of bias and discrimination based on language race gender and religion to name a few i ask for the following action action items from the district 1.

so in the current year from last year the loss is 2331 about average daily membership so student counts and then with the additional 400 we are expecting a student count or average daily membership loss of 2730. so again to bring that back to the realization about enrollment so average daily membership is different than enrollment enrollment is a body count where average daily membership is based upon your fte full-time equivalent as a student so if i'm in high school i could be part-time and that would decrease my average daily membership or a kindergartner is funded at 0.5 not 1.0 and so in addition this average daily membership does consider our students in our online organization so and the way that that adm is calculated or average daily membership is calculated and online is very different than our bricks and mortar so uh the enrollment loss since 2020 is just over 1700 1700 i mean i'm sorry the enrollment loss in the current year since 2021 is 1 344 about then we're projecting another 400 loss so a total loss in enrollment number of bodies we're expecting is 1 hundred and forty four just wanted to make that clear so student counts are is the basis for funding the enrollment is the basis for our staffing mrs betts just just from a historical point of view i believe it was 2010 when prior to that the legislature paid for all of i mean he gave us a 1.0 for kindergarten students and then when the when the economy fell apart in 2008 910 that's when they went back to the 0.5 but gilbert has always continued to fund all-day kindergarten that's correct during that time so that is a hit to our budget no matter what but it's been a hit over time but i think people have to understand that we continue to offer full-day kindergarten um but only get paid for half that's correct that's correct okay so to move forward wait miss pets yes i'm sorry to ask this is this earlier to you um the total enrollment loss i thought was 1744.

so right now we're unsure of the stimulus dollars we've gotten from the department of labor or excuse me the the budget department of the state not the school district department but the state budget department we've gotten numbers from congressman mcgovern numbers from senator comerford members from the state uh not jesse but the state uh for how much we're getting in stimulus it ranged from zero to like 190 thousand dollars next year for pelham so we have no idea how much money we're getting from that stimulus package i was on a desi conference call today uh the reason it would be zero is the federal was based on title one allotment and pelham's not a title one district uh the deci conference call seemed to indicate that they were going to make some measures to make sure title 1 districts received some stimulus funds in the same way they did with some of the other sr funds that came earlier in this pandemic but really doug and i were shaking our heads today saying how could we get and this is true from other districts as well there's no source that actually has numbers that line up all three of those sources from uh you know u.s congressman mcgovern uh state senator comerford and the state budget office none of those numbers line up so we really don't know uh but when i do get clarity particularly as it relates to pelham because that swing from zero to 190 would make a huge impact um i'll certainly let you know by email i won't wait till the next meeting uh that would be great the reason i ask is if it materializes could it um reverse the voted budget cut for the top for the school well i think we'd want to talk about that in an agenda meeting my own personal perspective i don't you know i think i can share my perspective and then i think it'd be a conversation for the full committee uh because i think it's a good one to go on everywhere um we have three fiscal years to spend those funds uh ron we've worked together a while i think you know what i'm gonna say is that i think we we ought to think about sustainability uh over time and the temptation to reverse budget cuts uh i think is tempting and you know we may may opt to be better served to use that money over time because we don't know what the future holds okay yeah but really good question i should have mentioned it so thank you but i was going to mention except doug and albert as i said quite literally not figure literally shaking our heads today sitting in a room just saying how do we make sense i mean the swing the swing of the other district's not as dramatic as the swing and pelham and and i talked to actually i think it is worth mentioning before i turn to lee i talked to two other superintendents today also who have small non-title one bullish districts um that one of which in particular has districts that mirror pelham pretty well they also saw the same swing in the numbers so something's going on with non-title one districts and what allotments are coming or not coming to those districts and we got a correct i should say there's a fourth one we got a correction from the state uh because yesterday they had pelham getting six hundred thousand dollars which was wonderful but seemed uh not to be consistent with my other districts which it would be more or less similar to what some of my other larger title one districts were getting so um i think right now we're waiting on clarity and when i get that i'll certainly share with the committee and then eventually the public but with that i'll turn it over to lee thank you um so you know some of you have heard have heard me say this feels a lot like september with the great weather we've been having and just getting back into the swing of school so everybody's tired at the end of the day all of the kids are exhausted and kind of dirty so it sort of looks like they've been at summer camp all day um which is just it's kind of a the staff for us this is like our dream come true it's what we've been waiting for for a year um and it's i'll just echo what mike said it's been so joyful to be at school and i i have been so pleasantly surprised at how well the kids are doing and how on the very first day kids were playing together as if they'd been in person and playing all along which some of them have because it's such a tight-knit community um but you know eight days into having students in the building it feels like remote learning was a really long time ago um so some of the things that are going really well as mike said the specials in the woods have been fantastic our art music and pe teachers have totally embraced outdoor learning and figured out really innovative ways to help kids build connections to our campus and then also maintain physical safety and teach their their subject area so it's been really fun so far and it's been great to see kids learning together outside in lots of different ways so um the the second graders did an activity where they made uh they used sidewalk chalk to make hopscotch boards and they were practicing skip counting so there was a hopscotch board that was counting by fours and one that was counting by 25s and one that was counting by threes that other students used during the day too so it's been really nice to just have all the kids back at school i'm sure you've heard all of the adults in the community saying that over and over but so true um and for our staff to be together it's felt really really wonderful as well march 12th i think 2020 was the last time they were all in the building together so it had been over a year um you know since since they were all together so the the feeling in the school is really collegial really excited um most of the staff are out at arrival and dismissal and it feels a little bit like a parade for folks coming in there's you know lots of people waving every kid that gets out you know five adults are shouting good morning and it just feels really celebratory um and and we have some exciting things going on in terms of our in terms of our school culture and then curriculum too so i'll share that this afternoon i was on a call for um a science grant that we received for sixth grade curriculum that's going to be rolled out over the next three years so all of the amherst schools and pelham are going to be working together on this to implement the um it's called the open site ed curriculum and um it's phenomena based instruction totally hands-on it's aligned with the next-gen science standards and the massachusetts curriculum frameworks our sixth grade teacher is super excited about it and so that launched today um and then we're continuing on with our anti-racist work too so our next parent-staff book discussion will be for the book this book is anti-racist um and we'll be meeting after the break to talk about that book and the author tiffany jewell is doing a workshop through the jones library this week so it's the book is really making the rounds in the community so hopefully it'll be a good conversation um and then i'll share some school choice updates when we get there in the agenda but um overall it's just great feels really energized to be back at school all right thankfully any questions for lee all right um okay next up is in-person learning update so we did some of that but i'll add a couple more details uh which is that um we don't have all students learning in person so we do have some students who have joined virtual classrooms in amherst so i think it is worth noting and i probably should have noted that earlier that it's not every single student who's from pelham has come back it's in the magnitude of 90 of students are back in person but we want to make sure that those students were not are being well served i checked them with some of the amherst principals who absorbed um some students and it wasn't just like you know it wasn't like each amber school had one virtual teacher it's two teachers per grade level pretty much across all of them but they've been welcomed with open arms into those virtual classrooms so i think that is important to note as well that we want to make sure we're taking care of 100 uh of our students at pelham and working with our amherst colleagues has been helpful um i think you know just a couple other things that that i would share is that we really focused uh a lot of attention attention and effort into the social emotional well-being aspect at the beginning of the school i think the break it's going to really work you know it wasn't really by design this way but having the first week with the young kids you know i think we said there was like i can't remember 44 kids or something like that the first week and now it's definitely more full um and then having a break to kind of reassess where we are i think it's really had a nice flow to it so i'm glad we we didn't push to have everyone back at once because i think it mattered for the younger kids to have that time um so i think that worked well and i think what we'll see is a gradual re-entry into um you know a little more of the academic focus work um but the i think our staff have done a fabulous job at pelham of kind of getting students reacclimated to school and acclimated to school in a very different way than they've ever experienced it before with the desks and the distancing and uh the level of outdoor time which is not not it's i think welcomed by most students but um you know it's still an adjustment and and for for students some students this was the first time they were in a group in 13 months and so i think i think the staff there and thanks to lee for her leadership on this right sides the approach of absolutely is there math happening yes is there reading happening yes but but at a core we want to get students uh and staff frankly reacclimated into a different schooling environment and then you know transition that way we the state uh is uh we are obligated to offer the mcas this spring um so i know some of the other schools are partnering with pelham and trying to get information out we do know uh that we've heard a number of families who told us they did not want their child taking mcas we're not promoting that um viewpoint but it's also with given covid and all our precautions that we're really going to be trying to know that ahead of time so that we're not in the moment trying to reshuffle just because of the challenges of kovids so but i did want to share that um i think the only place in the united states that got a waiver from doing standardized testing was washington dc um other states who um tried to get a waiver which we did not uh were unsuccessful so mcas they did extend the window and they did shorten the number of sessions a bit but that is going to be a reality for us this spring whether students choose to take it um or they opt out it is something that that just wanted to be shared that share with the committee that it's on the radar on our radar as as i have to see a question i'm ron go ahead you're on mute ron what are the consequences to the school if a number of students opt out so the one thing that we did get as a waiver is that the accountability structure is um absent this year so it's it's literally just about individual scores i think today i found out they're going to try to do a growth piece but um but there's not an accountability you know change that would happen so schools that were in an accountability profile probably won't leave that you know profile in pelham's case where they didn't have an accountability you know label they would not no matter if students you know take the test or opt out thank you yeah yeah so that's different than in the past though so it's a it's a good question thank you ron um and i think the only other thing i want to share um is just you know we do have about a quarter of the school year left thereabouts um and uh we do go pretty late this year we go to june 25th uh given some additional holidays and the later start uh that we had with the pd days at the beginning of the school year um so that that's sort of uh where we are i don't know if lee if you wanted to add anything that you didn't already share before just on the piece about students who are learning remotely and thank you for mentioning that our teachers have been fantastic about both connecting with the receiving remote teachers and also setting up regular times for the all of the class to connect to each other so some classes are doing weekly closing circles or special events together so that all the students can still stay connected so i just wanted to share that piece i'm sorry i didn't mention it before i got very excited about the the outdoor stuff but yeah that's happening too yeah but if the committee has any additional questions we're happy to answer them any questions i just have uh i mean i guess it's all one question but is there i know it has been just a brief time is there data on like have has anyone tested positive have you had to administer covid tests to people have any like is there any data on that so far yeah i can share that so um if there was a positive test of anyone who'd been in the school whether it's staff or student we would inform everyone in the community and since that communication has gone out hasn't gone out excuse me from pelham we have yet to have any confirmed positive tests one of the things that is a nice system is we do have binex testing which is symptomatic so if someone a student or a staff member is symptomatic and they're in the school then we have um binex which is not a pcr test but it is a quick test uh that can be administered on site i think it's important to note if someone goes home they're not like oh can i come in for that test tomorrow that's not what we're we're not looking for symptomatic individuals to come back in the building but if they happen to be there it allows us it comes back and we have done them throughout the year since we've had kids in some of the other districts it comes back in about 15 minutes and it's got a pretty high accuracy rate so that is available and and there was a uh permission uh kind of email that went out uh and you know it also is one that if we didn't get a permission back a parent can give an oral consent over the phone uh to be administered by the nurse so uh at this point we do not have a positive test uh we have not had a positive test in pelham um if we do then we will communicate that and and it's you know i wanna i appreciate you asking it because it's particularly tricky in pelham because of the size of the school you know i think when we're talking about one of the amber schools which has a couple other kids in it or the middle school high school at the regional level again where there's a couple hundred kids there so i think it is going to be a delicate balance around that you know our nurses have all been trained in contract tracing and you know the kind of head nurse for all three districts would be kind of facilitating and leading a nurse katie in that process and supporting her in that process you know thankfully at the pelham elementary school we have six feet of distancing so the close contact piece is a little bit easier uh then schools that are like most of the state are at significantly less than six feet of distancing but it's not to say that there wouldn't be close contacts in certain situations and that's that's the process we have so you know we we do have communication letters we have used them in some of the other schools um throughout the year and that's the way we would approach things here but to date there's been no positive cases in pelham we also are obligated to report them to the state to deci and if you follow the news i think on thursdays i believe thursdays and fridays every week they publish an excel document of all the positive cases whether staff or student by district and so it would also be publicly reported that way as well okay great thank you yeah brenda i'm just curious if there's been any issues with students or staff or anyone following like safety protocols in the classroom i'll defer to lee on that one she probably is a little closer to it to me so sure i can speak to that so far knock on wood it has not been an issue at all so we have some plans in place for um for what it might look like to respond if that becomes an issue but all of our classroom teachers are teaching students the safety protocols the same way we would teach any other classroom routines so really involving students in developmentally appropriate ways so our sixth grade teacher went through a slideshow with that was really similar to what the staff went through going into some more detail about uh the health and safety protocols our kindergarten class is developing you know they they have a little phrase just mask check for the kids to just you know pull their mask up or distance you know really using simple language that's developmentally appropriate um and so from what we've seen so far um it's it's what we had hoped and expected which is that kids are generally pretty good at following the rules compared to their grown-up counterparts out in the world um and really framing the health and safety as part of our community practices and our community agreements to take care of each other so so far so good all right anything else on in-person learning all right town meeting preparation may 8th mark your calendars yeah i mean i would just say that um you know as the chair of the committee you know uh if there's a question you know i think typically i'm just saying because not we haven't had this conversation with the current committee and last year town meeting was obviously a different model um but typically you know if there's questions the chair of that would be there you know for the regional piece i know this isn't a regional meeting but um you know i think offline i would encourage sarah bess and margaret to have a conversation about um if there's a question for the committee at the region just who responds to that um just so it's organized i will tell you that compared to all the other town meetings and and now town council um i say the least at pelham and that's fine by me um so uh i don't we don't often you know town is well run and we don't often come to town meeting with lack of clarity in terms of support of elected officials in the different areas of the town but just in case there was any questions i thought it was worth you know having on the agenda here and if not then you know we can move on an agenda tonight yes i mean i will certainly be there just on the pelham school committee end um so yeah margaret and sarah best maybe we can well i guess the three of us shouldn't talk together but if you guys could let me know what you decide just so i know margaret last year you crushed it no pressure but you fielded all of those questions really well um but i know it could be a long day so maybe if you guys could check in and then let me know just so i'm prepared ron i will be attending my 42nd town meeting for real i've been here in town for 46 years all right i'm glad to hear it okay all right that was quick school choice update so i will pass this to lee because she has some data to share with you that's very promising and i appreciate the high level of outreach that she has done you know we did some different things this year we got a very attractive ad in the newspaper and uh some very proactive work by lee and other pelham staff members so i think we have some good news to report we sure do and we have some wonderful videos up on our website um which some of you contributed to that rpto helped put together to help raise the visibility of the school so we had many school choice applications we had more applications than we had slots for this year so we had 29 applications um and we didn't have that many slots so we we started sending out acceptances um on april 1st so we sent out 19 offers for um kindergarten second grade third grade 4th grade and 6th grade we've heard back from about 10 of those folks and we're waiting to hear back from a few others there are waiting lists in kindergarten second third and fifth um and there's still a few a few open spots as well um so if all of those folks accepted looking at the graduating sixth graders and a family we know a school choice family we know is relocating um it would be a net addition of about a dozen school choice students to our school which would be wonderful we're going to continue rolling acceptances through the spring and the summer i just i got off the phone with a prospective um incoming first grade school choice family this afternoon and so we're continuing to do outreach word of mouth has been really really helpful when i asked the parent i spoke with today i said how did you hear about our school they said it was through friends um and so what i've been offering to school choice families whether they're applying or accepted is to meet them on campus on non-school hours to show them the playground and walk them around the campus even though they can't come in the school or tour the building to get a bit of a feel and to do an in-person meet and greet so i've offered that to a few folks and i'll continue to offer that through the spring and summer during non-school hours um just so folks can talk through questions um but so far the the it's been a really positive process so i'm happy to back up go through any of the numbers or answer any questions yep ron go ahead what is the total number of school choice students now with the recent additions including the prospective students for next year so i can pull that up for you um so we'd okay let me just do that math quickly sorry that's okay all right so we currently have 40 school choice students we are losing four of those students who are graduating sixth graders two more as a family who are moving so that brings us down to 36.

you can scooch to the next one this is the other chemical we're using everybody knows about this right this is what all the cool kids are talking about these days so we really don't need to explain that too much right we all know what we're looking at here i'm joking next slide what that is is the hypochlorous acid so it's 100 organic we actually are making this on site it's really just water uh non-iodized salt and electrolysis and it pretty much makes this this uh this product for us to use and we can generate it daily as needed if you fast forward ahead what it is is your body makes this same exact chemical right so a virus comes in pathogen comes in your immune system goes on red alert sends out the neurofills it surrounds the pathogen it creates this hypochlorous acid and then kills the pathogen that's exactly what we're doing on your doorknobs desktops and other common touch to touch points if we go to the next part yay science so this is probably a little bit more relevant to elementary school so i'll just explain that we have protocols for specifically for for uh bodily fluid cleanups in a covid era right somebody bleeds in your room uh i don't know vomits these sorts of things if you skip ahead that's a quick this is a brief summary of it if you're really interested in this kind of stuff i can go ahead and fire out an email to you you can read up on that we'll go to the next so as i said earlier our primary focus for what we're doing and this is going to shift a little bit to let you know that there's been new cdc guidance regarding the fomite transition transmission of viruses so we're slightly less concerned with services we're still concerned with surfaces so we'll be mainly sanitizing and disinfecting right and the idea there is to just kill whatever surface whatever viruses may be lying on the surface and it's not just viruses we're not just worried about covert right there are other things that can make you sick it's kind of what our custodians do on a consideration in the future for it's what our custodians do on a regular basis the important part here is that our restrooms will be cleaned at least twice daily and then somewhere in between they'll be getting another round of sanitizing so we'll go on to the next one so and what we've been doing all along is basically keeping track of every time touch points have been sanitized in your building right we want to know what we're doing that that works and what's not effective right and this is one way that we keep track of that it also lets allows us to keep track of our daily schedules and so that we know that you know the entire third floor of the high school has been sanitized three times two times or whatever move on to the next one it's a lot of writing there so the uh we also have a larger document that has everything that we're doing right down to the you know the chemicals we're using to clean mirrors right every administrator every head custodian has a copy of this comprehensive document that's available for you if you'd like to read through that as well i can email that out very proud of that it's the uh war and piece of cleaning so what we need from you all is simple cooperation right if something needs to be cleaned we should know about it it shouldn't just be the complaint form right we all have to work together to create the safest possible environment that's that's what we're all shooting for here next one that's pretty much yeah so and then one back this is also very important every school has a ppe depot that's where you'll get your ppe in basically you know hand wipes these sorts of cleaning supplies the custodians are not supposed to be supplying that to teachers and i i believe the um talib or or one of the administrators here can correct me on this but i i believe it's your administrative assistants in the office that are handling your particular ppe depot that's who we'll we'll be doing the ordering from and we'll continue to replenish those supplies move on to the next one so the other thing that we ask of you all is that at the end of the day regardless of the setting that you have your air purifier set to just so you know on the lowest setting it's still effective and you can you can go ahead and talk to your class and be heard at the end of the day if you could turn that to the highest setting and make sure the rocker switch is turned to on that's the uv lights that way that we can ensure that our staff is safe to enter the room later on and actually finish the rest of their job you can go to the next one the other thing to be aware of is the uh you'll see wall mounted and stand mounted hand sanitizers if you see one that's that's low or empty feel free to reach out to the custodians or the office and have them reach out to the custodians we definitely need to make sure that those are always operating hand safety is important this is the most important part if you see something say something that's kind of like what i had said earlier we we need to know we need to know everything that that involves us to do our job as best we can right we're again trying to keep the safest environment possible for our students here if you don't feel comfortable talking directly to a custodian or your administrative staff here on this last slide i think this is the last slide that i do yep i time that right that's my information you can feel free to reach out to me at any point just so you all know i i believe more in the corrective than the punitive i'm big on problem solving that's that's kind of my niche so you can always reach out to me even if you just want information i mean you want a funny joke for the day i can do that too so it's pretty much all i have and i have a couple minutes for questions if anyone has questions sweet we'll give it a minute though because it takes a it takes there's a delay um with youtube it looks like there's a did i miss something you're welcome [Applause] say all core classrooms do have air purifiers the main office should have one is that that correct between there is a uh here if you're finding the main office yeah and then i believe like in uh like the counseling suite in some of the more common areas and office suites there are purifiers yeah i'd have to yeah it all comes down to the uh the report we got from nexus consulting it's broken down by area and for your building i mean there there are hundreds of entries so it's hard to kind of recall off the top of the head and i'm not sure if the warren piece of cleaning is available on amazon but i can get it to you for free it's what i do but we'll be going through what to do with the classroom between classes in terms of seeing it so okay that now i'll get the the amd part okay so basically what you guys would do is is wipe down surfaces that that you personally are concerned about right we don't we don't need to do mass sanitizing between classes it's it's a matter of comfort based on our guidance from the cdc there's not a a heightened it's not like they got a heightened threat from surface-borne transmission of the virus right so if you have a student who eats eats lunch there absolutely wipe down the surface it's just a matter of basic right sanitary uh functions right sanitary practices right so that that's really all we're doing that that'll be mainly with the alcohol wipes there was guidance before that that we weren't supposed to use alcohol wipes on electronics i've spoken to jerry champagne absolutely okay with us using the alcohol wipes on electronics so those surfaces can get wiped down like that we leave the air purifiers so the placement of the the air purifier in the room is not it's not super important right that it's it's going to turn over 250 or 285 cubic feet per minute of air regardless of where you put it right my personal preference if i were the teacher is to put it somewhere where the sound would be less of an issue but other than that you can go ahead and put it anywhere in that room and it's going to do its job where did i miss i think i agree with jim's diff no so the the the gyms they they have air purifiers as well they're just gigantic they're called hepa 2000 they're it's the same thing you have in your room essentially it's just a gigantic version for our gigantic space what else when we ask students this really needs to be a teacher job it's not i mean it's personal preference as far as uh wiping down having kids wipe down desks if you're gonna have a kid eat in a class i would highly recommend that just in terms of i mean we have issues with rodents and these sorts of things that we don't want to fester hallway air purifiers and air circulation we're not expecting people to be in hallways for greater than 15 minutes so that's it's absolutely not necessary to have purifiers in the hallways here's the next one [Music] so i would say yes you can put a box fan in a window facing out i would prefer that you not do that right because our systems are working as designed right and they are not designed to have a box fan in the room per se if that makes you personally feel more comfortable or your students feel more comfortable go for it just make sure that it's pointing that the airflow is going out the window not in and we're not dragging more pollen and these sorts of things from the outside that's another thing that we need to kind of be considerate about offices have the health office does not it all depends on the uh so so rooms that are not core classrooms that are not expected to have you know students in there regularly it's all going to depend on the airflow of that specific room so and off the top of my head i don't have the the nexus numbers for that room windows closer windows open personal preference one thing to be aware of at this time of year is we do have there's there's the pollen factor so it is better to have more fresh air in we also want to be aware of the fact that that you know we also we have a maintenance folks that will be out there cutting grass certain folks have allergic reactions to that i would kind of suss out your particular group of people but you want the windows open go for it more air better yeah again this is another matter of comfort i would say running running the ac unit when it gets super hot i would advise that that's that's how i get down but um in in terms of safety it's not really affecting it at all i feel like i missed the question on the other side here if i if i missed anything you all can email me and i'm i'm really approachable i'm good with people i'm nice all right so i have to run and go give the same exact spiel to the middle school right now so see it's been great talking folks ben appreciate it thank you ben yep no problem okay so now i believe um robin i think you're up hi um so i'm robin one of the nurses i'm here with my comrade mary who is going to be a socially distanced masked six feet away when i do this presentation but i just wanted you to know that there was someone in the room with me while we're doing this okay so um the nurses put together this um powerpoint that is currently on the arp's website it's been shown at all the schools so um i'm going to go through it kind of relatively quickly it was it was made for district purposes so there are some points that are going to be addressed that are probably more relevant to the elementary school but uh we can answer questions as needed and um it was developed when we were following the state uh massachusetts department of public health the cdc guidelines and in collaboration with the amherst health department so you can go ahead and move on um yeah so together we can do this uh slow the spread together and then you can go to next um so it's important to know what kind of mask to wear you probably already have this information um basically we don't want people to wear uh neck gaiters or the masks in the red they are the unacceptable masks our masks with a filtration system on that um the problem is they're just not really protective so we are going to um have available at school the uh kind of light blue treatment or surgical masks we also have some kn 95s available we do not we will not be providing the n95 respirator masks because that's um a mess that requires a custom respiratory fit program that we do not have go ahead um so there are we do have a handful of students that are in our school that have mask exemptions and kids can qualify for a mask exemption with approval from their health care provider and and basically the kids with developmental issues and the goal of these kids is to be able to build up tolerance so that they can wear masks for longer periods of time but uh you could see some of those kids without a mask and we do have documentation in the nurse's office the thing everybody needs to be aware of is that if you're working with a student who has a mask exemption then the staff member either needs to wear safety goggles wrap around not just reading or eyeglasses safety goggles and a face shield and we have those available in a minute i'll get to the ppe supply but we do have um that available mass breaks i think uh tyler might be addressing that obviously during eating and drinking kids and staff need to not have their masks on and outside if they're socially distanced is another time the kids can have masks off hand hygiene is pretty basic i think everybody uh has this information as ben was saying we do have sanitizing stations in all the classrooms what we're asking um for people to do is during transition so if you're moving from one classroom or one space to the other sanitize your hand the custodial staff is the one to be notified if we are running low on sanitizer and they need to be refilled okay um so social distancing um the uh recommendation what we're gonna be following at school is to try to keep six feet distance whenever possible that's that's our standard use ben went over some of this so i don't really want to repeat but um the window is open that kind of thing to to help with air circulation okay um so families will be getting either a text or an email from central office uh every morning reminding them to check their child's health status and to contact the school nurse if they have any specific concerns at school we do have a program available it's called binax now by abbott so if somebody becomes symptomatic while at school that would be a student or staff member we are able to do a rapid antigen test and get a result um within 15 minutes there's a protocol that we follow but basically if somebody meets the criteria to be buy next tested they will be sent home there are places available we have information if anybody wants to know about places you can get tested if you're asymptomatic and that's um the mullen center and some local cvs is you need to have a scheduled appointment to be able to get that asymptomatic testing done but we are able to do the symptomatic testing for students or staff while at school um if you are home if you wake up in the morning and feel like you have symptoms or this message has gone to students too uh we don't want you to come in symptomatic and ask for a test we wouldn't be able to test you we want to keep anyone who is symptomatic outside of the building and uh yeah basically um the if you're sick stay home contact your health care provider contact tracing is something that mary and i have been doing for over a year with the amherst health department so we follow um quarantine and isolation guidelines that are set forth by the state department of public health and by the cdc um it's really going to be important for teachers to be able to keep a tight track of attendance because we may look to see when a student was in or out seating charts are also important to keep track of a seating chart and the bus drivers have been advised of this too so we can we can hopefully find out where a student sits on a bus if somebody was symptomatic and on the bus we do ask that staff sign in there's a sign-in sheet in the main lobby that helps us know who's in and out when in the event that we need to do contact tracing when the when the sheet the sign-in sheet for the day is uh done it comes to the nurse's office and we keep a hold of it for a while in the event we have to backtrack a couple days and look look to determine who was where and when people are just so that you know people that are considered uh close contacts are people that have been within six feet distance for more than 15 minutes of a positive case uh school nurse visits the state is asking that we limit school nurse visits um so this is kind of a funny message coming from the nurse um we are not able to have kids come down we used to have a lot of kids come down that need to take a break or need to take a nap or whatever we're not able to do that anymore because we did have to cut down a couple of spots to be able to remain social distance um in the nurses office so we just have three spaces for kids available um each staff member will be given um kind of a mini first aid kit to keep in their classrooms and we're not asking anyone to do any major first aid in the classroom and if you're in the middle of something that's important you can definitely either radio mary or i or call us at our extension everybody's going to be given a little red card like this that has the extensions of the nurse the main office and actually um the dean's office if you need to contact for any reason um we are also currently working with a cna a certified nursing assistant we do have a medical waiting room which is actually room 13 up across from the auditorium and that is for students or staff who become symptomatic during the school day so if you have somebody who meets the criteria of symptoms you can either call us on the phone or radio down to us and mary or i or the cna will go up and get that student bring them to the medical waiting room um and and then from there make a plan which would include you know getting a history of symptoms contacting a parent potentially doing a bi-next test making um a decision about disposition from that point but we will be working with a cna in our medical waiting room with that uh drop off and pick up um i don't know if tab if you want to address this a little bit later um but obviously we're not we're not having parents bring their kids into the building um i i think i might have you handle this um talib in case there's anything that i'm not aware of um as far as who's who's gonna get dropped off where and what the process is for coming in and coming out of um the school building all right yeah uh the next slide is about traffic flow signage the custodial staff has um marked all the floor waves there's signs on the walls just reminding people to stay socially distant and there's kind of a one-way um traffic flow that we're trying to make possible i know co-mingling in groups is going to be probably an issue with high schoolers but we'll have to address that as it comes up again reinforcing the social distance six foot mask wearing okay uh eating and drinking uh this was addressed a little bit earlier um students and staff are encouraged to bring their own water bottles actually the district purchased a supply of water bottles for all the students they are going to be handed out in the a period class on that first day on may 3rd drinking fountains uh we're asking people to use them as water fill stations only and not um and not uh actually you know drink from them and uh and tal did go over the plan for staff and students to eat when it's school so the shared equipment issue is really more of an elementary um concern and the cdc has recently changed their guidance about this about what needs to be um cleaned and how often you know basically we don't need to clean every item all the time if you're working in a situation where a student is across the table from you and another student is going to come in we would obviously recommend cleaning that surface one of the other things that the custodial staff is able to do if you have a concern about something that's been grossly contaminated you can leave it out with a note and when the custodial staff comes through in the evening they have that spray system that they can spray down uh whatever it is that you feel like needs to be cleaned things like library books those kind of things are not not the concern that they originally were thought to be okay uh so the ppe we're going to have our depot in room 13 which is the medical waiting room and i know that the clerical staff are going to be the people that's in charge of that there's a system that's been set up through maintenance so if you need something in your classroom and we're really asking people or classroom or office we're really asking people to kind of monitor the supply because if you realize that we don't have something right away we're not probably able to get it we need to give the maintenance department a little bit of lead time to be able to get things back to us but there is an email address which is called a r h s office at arps.org and if in the subject line you put ppe request one of the people in the office will be able to receive your request add it to the um google form that goes over to maintenance and in the meantime hopefully we'll have some some back stock in our medical waiting room the cna there is going to be able to monitor that for us and um we can get supplies um but but the nursing here in the nursing office we don't have supplies we're not going to have extra things it's going to strictly come from um from the medical waiting room one of the things that's uh important to note here is they're asking people not to bring in their own cleaning supplies because there's concern about all sorts of chemicals and those supplies and the mixing of the chemicals in the air so it's kind of a funny thing to say but we're asking for alcohol only in the classrooms which means alcohol whites not bleach wipes there's another wipe that's been out there that the district ordered that has a different chemical we hope we've removed them from all the classroom but when you come into your classroom make sure that that your supply of um wipes surface wipes is alcohol-based and if not i know that they have ordered that from um the main maintenance office so hopefully we'll get that to people in need soon okay uh travel guidance i know this is also a big issue um with april break next week we've gotten all sorts of calls um and emails asking for guidance about whether they people can can or cannot go somewhere so at the moment the governor has issued a traveler travel advisory and that's what it is is an advisory i know that that got put out um on the district website so if you have if you are going to be traveling somewhere uh you can check the guidance there's uh the state and cdc has a link that has uh kind of answers to questions that are a little bit uh out of the norm but um you know we're we're not going to be policing where people go over april break we're asking people to just do the responsible thing for themselves and that's about it you know this is definitely i'm going to say been a work in progress things continue to change on a routine basis so we're keeping up with it as best we can and know that we are working as i said to follow the cdc and the state guidelines and working closely with the amherst health department okay thanks robin uh so people will be notified of um and unfortunately this is just gonna happen it's it's what's out there right now people will be uh notified if there's a positive case in the building uh but there won't be any specific notification to anyone unless you're determined to be a close contact so that's the purpose of our contact tracing we obtain information in a lot of different ways no case is straightforward there's always a twist and a turn when we do contact racing so we will be contacting anyone who who needs to know if they've been in six feet distance for more than 15 minutes of a positive case um so i think i might have just answered that uh jonathan but if not again um anyone who is determined to have been within six feet for more than 15 minutes of a positive case will be notified that their potential that they're a close contact and then they'll be given information this is sort of we work hand in hand with local health departments so if if this is a situation a positive case that's in amherst we'll work with the amherst health department we have people staff and students that are not working uh living in amherst so we'll we contact that health department and collaborate together um as i said there isn't a straightforward answer about number of days for quarantine and isolation periods it it depends on a variety of factors but anyone who's determined to be a close contact of a case will be notified uh vaccine status yes uh vaccine status uh is a great thing we don't have the right to ask anybody what their status is uh we don't have the right to ask kids families uh whether they've been vaccinated or not that's a personal decision um so but that that that will make a difference chris to answer your question that will make a difference depending on exposure and how we proceed if somebody's been vaccinated yeah and then i'm sorry that's the other issue they will need to prove that they were vaccinated by showing us you know uh documentation that they got vaccinated uh yeah okay these claims just for cleaning the whiteboard uh i would assume that the regular whiteboard cleaner that we have had been using is something that that we can continue to use sarah for whiteboards you know i am not 100 sure um isopropyl or ethanol alcohol ben would be there yeah ben would be the one to answer that specific question about what kind of alcohol but i think the point here is that we're just asking people to use the wipes and cleaning products that we've provided somewhere in the patient um uh danielle i don't think we're gonna have any three-foot teaching classrooms given the number of students that are coming in um sorry robin to put in but that scenario is not um we don't have that scenario so um you know six feet of six feet that's what we're going to go by uh we always err on the side of caution if somebody is you know five and three quarter feet away or or six and a half feet i don't know we'll make a general decision when those situations come up but six feet is kind of what we're going by it's definitely what we're going by um they may be because of the definition of the close content anyone who's determined to be a close contact will be informed that they're determined to be a close contact so we do contact tracing only inside the school building and and that's what i was referring to we work in collaboration with either the um ctc which are contact tracers from the state or the local health department depending on what the local uh town is using and we work together to to collaborate to see who we have determined to be a close contact anyone who is considered a close contact will be informed their close contact to the case and then we'll be out for a period of quarantine [Music] um so if you need to quarantine or isolate uh you need to stay home and um hr manages the use of sick time um i don't know if talib if you have an answer to that specifically from hr i don't have an answer specifically from hr also they definitely don't want to contact about how that is being managed if it's a your general sick time or if they have special code sick time days yeah so just my experience anecdotally because we have had positive cases in the district um that hr is very reasonable to work with about accommodating people um from their time off if they need to be in quarantine in isolation they can't be here some people i know have been doing remote teaching in quarantine students have been learning uh remotely in quarantine because they're feeling okay the issue is that they can't be in the building so you know that's a great question and we are just going to have to work through these these situations as they come up who will be tracking keeping track of that you know it may be the case we may need to ask the case uh who they've been eating with we're asking people that are monitoring lunch periods to as best as possible i know the reality of the situation but as best as possible make sure people because when they're eating they're without masks make sure people are staying six feet apart and so if you are more than six feet apart of somebody was a positive case then you wouldn't be considered a close contact because the six feet uh is a determining factor there uh the community will be informed when there's a positive case in the building and the teacher may you know depending on a lot of circumstances may be informed if we need help with contact tracing it's a it's a fine line it's a balance that we have to walk between um protecting the privacy of somebody who's clothed positive student or staff and protecting the health of the community so it's a balance that we have to walk and um during times of pandemic you know we don't hesitate to do what we need to do to gather the information to ensure the safety of the community yet on the other hand you know we're not going to be publicly announcing anyone who's positive or anyone who's a close contact can we use them um you know i i'm gonna have to turf that question i don't know um yeah so it's my understanding that the weight room has been tested and it's clear to use so it's just a matter of cleaning the equipment having wipes in there and i would suggest having the students clean after they've used a certain help the bench or bells or whatever but it has been i'm tested and okay for use uh so pool testing rule and that's something that we piloted this winter and uh to be very honest we didn't get a great response um there's a certain number of pool of uh samples that need to be in a pool we couldn't even at times make up a full sample so there were times that mary and i just kept pulling ourselves to round that out so we decided as a district if we didn't have a high enough percentage of people to participate in the pool it really wasn't going to do a whole lot of good uh for us and what we were finding anecdotally is that people were saying oh no i signed up for it but i don't really want to do it because i've already been vaccinated so at this point we are not doing pool testing and we're only doing it for staff and yeah and we were only doing it for staff at the time that we were doing uh so that's a great question karen um so call the nurses definitely if there is any question about health situation but if a student we actually had this uh discussion uh the other day here if a student just needs to take a break uh i don't know that we've had a space identified i know there are students who are given pink passes to be able to leave when they uh need to take a break and i don't uh i think that's been determined about where students right well i'll jump in the desert so one of the things especially for those students who have the pink passes and can leave for breaks when they leave for a break if the person that they're going to see whether it be their their counselor a guidance counselor or the nurse and they're not those people aren't available we're going to have some chairs in the main lobby area spaced out in between the guidance office in the main office for students to sit there and wait for a certain amount of time until an adult can really talk to them but this is one of the many things we're trying to finalize was this is our initial thought and like everything else it may change and we may have a different protocol for those students but for right now we're going to have a designated space for them to go and when as we get closer to being back in person we'll make sure that all families know where that is and how to use that space so i think given the time um it's one to 124 and we still have a lot to talk about i think i'm going to go ahead and move on um if that's okay with y'all um thank you robin that was a lot um you've been shouldering a lot and we really appreciate you so i just i just want to thank you publicly because you have been handed an enormous task um so again if we have additional questions we'll try and answer more at the end if we can't get to them all you can send them to tal than mickey and i and we will get to those so my job right now is to talk a little bit about oh yes and mary mary i'm so sorry mary you have to poke your head in say thank you to mary o'brien as well thank you mary love you mary okay um so my job right now is to talk uh about the what a classroom will look like and um what will teaching look like and there are there are a bunch of things to talk about here um with two categories uh one category being what are the rules in the classroom right so we've covered a few of those but certainly not all of them and then what's the pedagogy right like what's actually gonna work here so i'm gonna start with the rules because i think they're clear and i think they're simple um and so the first rule as i i think tom and mickey have mentioned if you're teaching an a period class you'll need to be here at 8 30.

hello hello my name is aina my name is aina bernay i live at 803 brook street ward 5 and i support ann arbor having a municipal foliar utility i am ready to convert to renewable energy sources so thank you very much thank you for calling in great sorry chair let me just sorry uh caller ending in two to eight hello can you hear me yes hi my name is greg woodring i'm a member of a2p2 and i am once again calling in like a broken record uh advocating strongly that the city pursue a municipal electric utility it just makes sense cheaper more renewable power that puts the power of a clean future into our hands so i really hope that i see some great discussion and movement on this topic thank you so much all right a caller ending in one three four uh thank you dr steltz and chair mursky um this is ken garber another habitual caller i'm at 28 haverhill court in ann arbor um buildings account for an astounding 68 of ann arbor's greenhouse gas emissions according to our most recent inventory so i'm really looking forward to tonight's building code presentation by jan culbertson and chuck halkum commissioner hookham is one of two energy commissioners in the news this month i want to thank him for injecting a dose of realism into the ann arbor observer feature story about jonathan overpack dean overpack is a great climate scientist but i respectfully disagree with him on the transition to renewables his view is way too rosy like commissioner hookum i think the transition is going to take at least several decades maybe longer the market isn't driving change nearly fast enough yes the price of renewables continues to fall but only on a levelized basis the cost of transmission and grid level storage are still major limiting factors and will be for a long time the solutions are expensive and companies won't make these investments on their own because everything considered it's still cheaper to fall back on fossil fuels so what stands in the way of a faster transition is dte which is pursuing its best interests which is okay except they're not our interests that brings me to commissioner mccoy's excellent opinion piece for the energy news network that she wrote this month with master sweeney it's titled to build energy resilience in michigan we must challenge dte they highlight dte's extreme dependence on fossil fuels its high rates and service failures and dte's political domination of state energy policy i don't blame dte for any of this it's what corporations do but we're in an emergency situation i agree with previous callers we should municipalize and not just to decarbonize there's a very lucrative electric franchise here in ann arbor let's put it under public control so um we can spend these big surpluses on our needs rather than exporting them to dte's executives and shareholders again i've got nothing against corporations but they're in it for the money and we should be too as michael douglas tells charlie sheen in the movie wall street it's all about bucks kid the rest is conversation dte has known this all along we should realize it as well thank you thank you mr garber uh caller ending in 371.

not how the 1344 is the i'm sorry the the 1344 is the loss from 2020 from 2020 to 2021 so the current year that's what we've realized in the current year so the um initial presentation that was posted actually duplicated the 400 so this has been corrected in this presentation that's what i think the copy that we have is the old so it's double counting right so it's double 400. so the total loss the total two-year loss is expected to be 1744. 1344 realized loss between 20 and 21 and then 400 more projected okay and so that's 1744 total is um then when you look at the average daily membership that's where you get to the you still have the when you add in the weights and different things that's how you have the total loss 2730 79 cents 2020. that's correct okay that's correct so basically the difference between enrollment versus the adm is an additional thousand correct that's correct and this is this is from the beginning of the school year when you're saying starting with august right so um so fiscal 2020 ended in july of 2020 and that's where our final average daily membership was calculated and if you recall we did gain 600 students from projection back in which was a true increase of about 200 students over the prior year that was the first year in i don't know six seven years i've been on the board in nine years the only year we've increased that we saw an increase right that's correct so sorry it was increasing before i got on the board and then um it started decreasing a little bit at a time yeah okay so so now to move forward we know that i'm sorry that's okay let me look one more time so if you look at help me help me understand this so if you look at this number fy21 adopted the top number 32 567.97 that's average daily membership that's average daily membership okay so that's where i'm that's where i'm still off okay thank you that helps me and then you can see the the impact of the arizona online due to revise number three there was an enormous movement from uh bricks and mortar to online right which is contributing to the loss of the average daily membership okay thank you and that number's weighted based on how many hours they attend that that's correct it's not really weighted but yes it's based upon the number of hours that they're actually in the system working that's correct so it's a totally different calculation it may represent more or less students that's correct whether they're taking more than a full load or less than a full load and logging in and logging their hours that's correct which which is why we talk about the enrollment number separate from the adm number that's correct and does this um arizona online full-time does that take into account the that it's five percent less so uh so the the student counts are reflected as true student counts so that it's truly the calculation of average daily membership in the online environment i guess i would say so the the reduction of the 95 percent for full-time or the 85 percent for part-time happens in the budget capacity calculation all right thank you okay okay thank you so the mno budget capacity calculation so again this is about average daily membership and and moving all the all that that data forward into the calculation so the governor's budget the base level amount increased by inflation that's the difference of the 1.22 which the governor had versus 1.23 which we are reflecting here plus 32.82 cents from the classroom site fund csf is classroom site fund sales tax if you recall last year the governor indicated that i'm definitely supporting the 20 pay increase by 2020 but i am recommending the use of sales tax revenues to close the gap at that point in time we were instructed make sure that you increase the classroom site fund contribution so that we are achieving the 20 by 2020 but it still was in classroom site fund because classroom site fund is no longer under the prop 301 it is now under legislative control because prop 301 expired in 2020 the governor determined that 32.82 cents or the value of 32.82 cents would now be moved into the general fund to fund ongoing charter school and district pay increases so that's why the 32 dollars and 82 cents is added and then of course the inflation of 1.23 percent and so then you see that the base level amount went from 43 59 55 up to 4 445.99 that's the the recommended amount and that's what's in the budget calculation so in addition the governor indicated that he will honor the district additional assistance being fully funded and those are the dollar amounts at k8 and 912.

we have one family who is transitioning from pelham to school choice because of moving residences so everything brings us up to 37 and then if we added in these 19 that would be 56.

we'll send out more information about when you'll need to be in the building if you're if you're a teacher so the rules are a little bit different for teachers and para educators um so but if you need to be here for a period class you'll need to be in in the building at 8 30. your classroom the setup of the classroom the students all need to be facing forward and desks placed six feet apart as you can see in the chat there's a bunch of people that are concerned about three versus six feet um there's really only one class in the building that has more than 16 students and he knows who he is and we're working through that and most classrooms can um will have six feet distance um with 16 students or less okay if you believe that your classroom doesn't fall into that category um get in touch with us but we've done a bunch of measuring so please speak up if that's the case um so again facing forward six feet apart um the if you're sharing materials like in a science lab et cetera we do want to try and clean those between uses okay i i'm going to encourage you all to ask students to do some of that cleaning okay you can you can um supervise that like we supervise everything there's going to be no eating in classrooms except for teachers and para educators during that lunch time so no students are going to be eating in class no snacking no eating um as well as drinking in class we're giving we're providing water bottles with straws okay and we need students to use those water bottles those straws can slide up behind the mask and so they can be drinking um using those water bottles with straws other water bottles that require you to take off your full um mask to drink we don't want students to be using those do you have something to say about that mr city i do yeah so the water bottles that the district has provided us to give to them aren't the original water bottles with the straws that we planned on it so if they can they're just gonna have to try to be quick about it and lift the mask and not decide to take it all the way off but yeah it's gonna be this is this we gotta work with what we got and for right now this is all right um we'll talk through that one um right that wasn't what i wanted to hear so no nose blowing in class all right if you have to blow your nose you're going to have to go out of the classroom to do that into the bathroom or outside so we're not going to blow our noses in class teachers will have a an extra stash of masks um for students that show up wearing a neck gator or wearing one of those masks that are sort of deemed unacceptable or if their mask breaks in class so we will you'll have an extra stash of masks um so those are the in class rules um we're stepping away from this idea of mask breaks right we are not in elementary school with cohorts we're a high school and so mask breaks in class can be problematic and particularly with high school students oh why is your mask off well i'm having a mass break i think none of us really want to deal with that so if you as a teacher would like to create a time during class every day where you want students to have a mask break i'm encouraging you to take the entire class outside spread them out and take off their mask for five or ten minutes okay but that's up to you if you see that a student is struggling they can take off their mask in front of the window facing the window another option would be to ask for help from the outside and someone can come retrieve the student and take that student outside for a mass break okay but in general i think we're going to step away from this idea of mask breaks um that's a loophole and we know that teenagers love loopholes um so i'm going to move away from the rules now into pedagogy because i think a lot of people are curious about this how is this going to look um and to be honest we've got a challenge here and the challenge is that half of the students are remote and half of the students are in person and so what that means is you we need to attend to the remote students as much as we're attending to the students that are directly in front of us and that's a challenge and so what you're going to have to do as a teacher is you're going to have to um face your students in the classroom looking at your laptop facing out they're all facing you if you remember that classroom setup again not our favorite setup for teaching we all know that none of this is so using your laptop facing forward um facing the students and you're going to need to teach using google meet right so what this means is that all students will have to have headphones with um with a microphone they they were handed those with chromebooks and so we will write home about this to make sure that students have those um because that's pretty important to those who are handed out with chromebooks so again you're going to be teaching very much like you're teaching right now okay and i know that's not ideal and not everybody wanted to hear that but in the scheme of things we really need to be equitable and again since half the students are in class and half of them are out i think that's the way we're going to have to run it so using using the board using the whiteboard will make it really hard for remote students to stay um to hear what's happening and to be able to participate and to see what's happening okay so i'm going to encourage you again to use things like jamboard and pap padlet your shared docs your shared slides and again all of the remote practices that you've been really accustomed to so this brings a lot of it and technology questions forward which i'm fully aware of and we've been working through them and this is hard so i just want to give you the update the technology update um that is ha is adding new higher speed access points for wi-fi so we did a little assessment of the building and where all the access points are so we're adding additional access points and then access points are going to be boosted um again access points are where the wi-fi where you connect with the wi-fi and most of them are out in the hallways the access points that we had in place for the second and third floor were sufficient to run for the most part to run mcas okay so that's the good news we did discover that there are places other other places in the building that will need additional access points um is has also added additional drop an additional drop in the front of the building so that there's wi-fi outside out sort of in front of tom's office but also out front of the athletic office so that whole front of the building has wi-fi outside there is also wi-fi in the back of the building um so that was added and there's also wi-fi in the courtyards okay and so that's the good news we will have wi-fi there in order to um create additional outdoor space what i've asked for is i've asked for a collection of hot spots for each department i can't say how many right now i've asked for eight to ten per department i don't know that i can pull that off but we're going to try each hot spot can manage eight students so let's say you've got 16 students you'll need to borrow two hot spots from your department head so my idea right now is that those hot spots will live with departments and you'll sign them out through department heads okay i'm still working on that one that one is a little bit tricky um we may discover at times that the wi-fi isn't working well right you're you won't be surprised by this because this happens um and so there there are a few strategies that we're going to use we're going to ask students that students may have to turn off their cameras um students um we're going to ask students to not connect their personal cell phones to the school wi-fi right they're going to have to so that's an important thing and so that does jam up our signal a little bit so that's a little bit tricky um and we'll that'll be sort of part of classroom protocol um so if the wi-fi really if we are really struggling with with wi-fi teachers can project their computer which has their remote students up on the whiteboard so that in-person students can see the remote students but the opposite may be a challenge right so it may be a challenge for the remote students to see students in class depending um on whether or not the cameras are on or off and mike thompson points out that there's no change in protocol there however you may actually have to ask students in class to turn them off okay um what we've we also may need to do for a while is teachers are going to need to do all of their uploading and downloading of documents and files before and after school and so i just got the okay from mike morris one of our hopes is that you know if you are if you have a prep right you are welcome to go outside for that prep you're welcome to leave the building if you have an a period prep i would encourage you to do your prep um outside of the building so we can re you know we can maintain our bandwidth and have fewer people downloading and uploading um while in the building um let's see i'm sure you'll have one million questions i'm gonna move on i'm gonna leave that tech update because there's i have a ton to say but um i think that is enough for now given our time um a question about tents so we have asked for additional tents it's a little bit challenging given um the site that we have but we've asked for a tent right outside of the lunchroom we've also asked for a tent for band and chorus and band and course are going to get the priority for this because otherwise they actually can't practice um because they do need to be outside to play their instruments and to sing um and so more on tents later um bathrooms are a little bit up in the air so i may go ahead and skip that because we're struggling with that right now to sort it out um good move yeah yeah we're going to skip that week we're on plan c right now and we'll get back to you when we have a solid plan um do you want to leave that with the rotunda question as well tom for right now yes please okay so bathrooms rotunda we've got like four scenarios running we're trying to sort through all of them um and it's it's complex but we want a system that will actually work um so we're gonna have a pretty pretty careful protocol for students that decide to shift from in person and back to remote okay because we're going to need to track who those people are so we're going to have folks fill out forms families fill out forms so we can track that because we anticipate that students will want to go from in person back to remote we are not allowing students to use lockers no lockers right because lockers with lockers you have sort of congregating and we're trying to to reduce congregating um in the hallways so i think that's all i have until i come back to all these questions because i'm sure there's 100 of them but i want to turn it over to um it looks like mickey who's going to talk for one minute about substitutes yeah or even less than a minute because the reality is is we just don't have substitutes um and we just have to acknowledge that you know they've tapped as many people that are willing to work across the k-12 district and as you know in general it's tougher to get substitutes at the high school level so our plan for substitutes is to have to collapse the in-person classes which is why we have we have spreadsheets with data on like how many in-person students are in every single class or you know across the school building at any given time and um we will identify large larger group areas to spread out desks six feet apart where there might have to be three or four different classes depending on what the need is in those areas and then those students will be working on asynchronous assignments this is a time where if you are in your two and you have any interest in in assisting us and are willing you know to sub definitely send your name to terry like she does every year she'll be making a list of um anyone who's willing to help supervise and you know again like i know the it's not even worth mentioning the pay differential i think you know there's a very small one but but if that's something that you're willing and able to do we greatly appreciate it but otherwise our plan is that those students will be collapsed into those classes will be collapsed into settings so that they can all work on asynchronous work and that's really the best you know i think that we can come up with at this point all right so i'm gonna go all the way back and look for questions um so use of lab materials is acceptable as long as it's in type between usage the answer to that is yes the real question is what will students at home be doing do they have those same lab materials do they have the same plan in place so that's sort of the question that i would ask when thinking about that the headphones thing so we will write home we will ask families to reach out to us if they need us to provide them with headphones so if they don't have headphones we don't we can't actually afford to just like you know give all students another set of headphones so we're going to ask families we are also going to have to ask families and students to come prepared every day they're going to have a packing list right and this packing list is going to include things like headphones pencil all of the things that they need and it's an extra mask i think we could get a few extra chargers but the challenge with that um is that students can't move their desks right to another place in the room when they're charging their chromebooks and so it's really important that chromebooks are charged and i think you and i we all understand that that that's going to be hard students are going to come without a charged chromebook and you know our plans come crashing down so the the packing list is really important and i think for executive functioning purposes at the end of every school day teachers are gonna have to say look at your packing list make sure you charge your chromebook um and and this is gonna have to be a little bit of a culture shift and maybe that will help us in the future and so sarah points this out too that the chargers are a big thing and a lot of a lot of students want to keep them plugged in all day long we can talk about some extension cords because again we can't move desks um you know in classrooms to give the student next to the charging station um so okay that's headphones again um so you will be using your laptops robin um the you'll be using the laptop that was assigned to you um and those laptops will be you will have a hardwire connection for your laptop right so you will be you're not going to be using wi-fi for your school issued laptop um yeah sean i'm gonna work on that one that one's tricky um [Music] so right now um we don't have a lot of extra space for breakout spaces and for special ed specialists but that's actually on our list so one thing that you may not know is that we have a enormous document going um a spreadsheet with all of these concerns on them and so we're choosing not to go over every single one of them because it's already passed um but that that is on our we're working through it um um let's see so students always need to use the bathroom when they get to pe how we'll handle the situation well this is this is part of our bathroom conversation we'll get to that when we talk about bathrooms um i was told that i was going to be using wi-fi for my laptop yesterday uh only if it's a personal wi-fi it's only if it's a personal laptop right so if you have a school issued laptop you're gonna hardwire that um let's see did i miss anything okay uh allah this is a good question what if someone is in person feels sick and wants to come to class remote what if they just stop okay so those are two separate questions if someone is sick they should come to class in um they should come to class remotely absolutely that's the good news if someone just stops coming to class that's a separate question right and so then you'll have to enact the student support network for that guidance counselors etc we have that's a separate plan those are two questions oh jeff if we want to teach outside are we able to run meat from laptop outside so um that's an excellent question we need to give priority um for directly outside of the building wi-fi for ensembles and singing because they need to be outside every day um it's one of the reasons i'm trying to find get us hot spots right so hot spots will run eight students at a time so the hope is that you'll be able to take one or two hot spots outside and yes run um your meat from your laptop outside right so and you know we're not gonna micromanage the outdoor space right so if you do have hot spots that day and you want to go outside you'll have to go outside and actually walk around a little bit and see where the best spot is um i don't know if you want to add to that tall but that's sort of what we're thinking we can't do sign ups for outdoor space that's just too complex right so that pretty much sums it up a little more generally so around the edges of the building where the wi-fi reaches the people who have to use you know laptops chromebooks to stay there if you're having a discussion or reading a book i encourage you to go find a field we want the track and the practice field next to it that's gonna be reserved for pe but pretty much any other field of football field up front lacrosse field out back the little hills along the side of the building the road leading down the middle school wherever you can find a spot to set up shop outside um yes so ethernet cable that when i say hardwire that's what i mean um so there are ethernet cables in classrooms provided to staff to use with the school supplied laptop paddy you and me can you plug in your personal laptop no so you you can use what you can use them for wi-fi but you can't plug them into the hardwiring you can't use the ethernet so you and i will be figuring that one out together among other people so ben i don't know what this is or what it person was that said this but this is wrong so you will plug a school laptop into an ethernet cable and it will be hard wired okay so i'm going to leave just another minute for questions um i'd like to be able to give a positive fun update on graduation but i'm a little worried about time what do you think mr sadiq yes we've been going on for a little while but uh you'd like a super quick summary as we wait for a few more questions to come in sure do you want to go ahead and do that sure so for right now a few of the bullet points so it is going to be at look park we're sending out a survey to seniors to find out some of the details right now it's looking like the seniors will each have five guests allowed in look park it's gonna the graduation ceremony itself will take place in the pines theater there's six pavilions around the park that we've also rented for the day where we'll have a screen and it will be streamed the ceremony will be streamed to the family members at each of those six pavilions we'll be getting in touch with as before some volunteers there's not going to be a whole lot of um of our faculty and staff who will be there but there will be some of us who'll be there to kind of help manage the day it's going to be like an all-day event a rehearsal some lunch the families come graduation some more food and then a dance party slash our version of a prom after at the end of it i don't want to fill in anything and i miss them no but we are looking for six folks that are that think that they could um successfully run a projector from a laptop to a big screen on each of the pavilions so if you are someone that like thinks that would be right up your alley and want to hang out with 150 family members outside we need you um hopefully this will all work it's really exciting it feels like it's it's a great solution um and so far the students are pretty pretty excited about it i'm gonna go back to questions now um yeah mike you know i just saw that question i love that question it's a hard one so i the i can ask so not all of the desktops have been removed and i haven't gone through to do um an analysis of every single room um and so i will do a little bit of investigating and find out because i could ask them to leave the mouse i think in general additional equipment is probably not going to be possible but i would love for them to be able to leave monitors for you all i also think that teaching from a laptop and then an additional monitor might be tricky for students in the room to to see you but um i'm going to work on that one that one is a really interesting question and i um i think we all need to note how hard it will be for kids to have no snacks no phones few breaks little spaces for choices ah yeah i hear you i and that's why we're trying to sort of create celebration um and excitement for return but alyssa yeah you're right um you're absolutely right but again we're talking about a dangerous virus um i don't need to be flippant but i i think we have to be the rules need to be really clear um because students are so um likely to look for loopholes and there may be students that have been asked that been sort of asked to come back by their parents but necessarily didn't really want to be back in person so we may have some um some reactions to that and some people pushing the limits but we're really going to work hard on a culture of health and safety and caring for each other and honoring each other and caring about each other and it really is going to be our job as a community to keep each other safe um okay i see that looks like ella answered this question um yes yes patience compassion for each other and our students for yes and jeff acknowledging this it's it's it's giant right none of us are pretending it's not giant it is a big deal um i think yeah so different chargers extra chargers all of that's going to be tough i'm back to um our packing list is going to have to be um you know very important and parents and students are really gonna have to pay close attention to that packing list um because we can't function in many cases without it um yeah will these rules be available in differentiated translated for family format yup yes absolutely absolutely okay so yeah i saw that translated um yep that's one of the things i said that's going to be part of sort of classroom protocol so um they won't be able to you they won't be able to connect um their phones to wi-fi they're going to have to use their sell signal um yep patty you're pointing out a problem i'm aware no not so it doesn't they don't do so well so i think we're gonna have to um create maybe some charging stations um yeah we're gonna have to work on this this is this is a challenge um karen i like this explicit clear rules boundaries are always ways to love care for and support others i love that yes i agree i agree 100 on that one i think i'm going to end with that what do you think i'm going to call that a thank you um and please um let us know have you if you have other if you have additional questions and concerns because we do have an enormous document that we're pushing through all the details um and it's a mammoth document and every single question is really important to us right we don't want to um belittle or lose track of any of your questions and concerns because they really they really do matter to all of us um we want you to feel comfortable and safe and excited to come back um if you're coming back and anxiety is hard right so if the entire building is anxious it will um it will be projected and then students will feel it and so i think it's really important that we address all of your concerns um and i don't know if mr sadiq if you said this but i keep calling him mr sadiq because honestly i've done 100 family so we're um the 28th we're going to set up a an opportunity for faculty to process this together this idea of returning a person in small groups before we return because we want you to have a space to really talk about your anxiety to talk about how this is going to feel and we don't want to ignore the emotional um uh emotional side of this the compassion as karen points out and you know people at some level are panicking and we and we understand that and we want you to know we understand it and we want you to have a place to really talk through that all right so we've definitely gone over the the scheduled time appreciate everybody hanging in there and for all the work you continue to do so i think it'll be good to have that time for us to have small group discussions on the 28th about other concerns and again before we get to that point if you have other thoughts ideas concerns suggestions please let us know we'll do our best to answer those questions or to implement implement the suggestions that you've made into the overall plan hope everybody enjoys the rest of the day and get out in the sunshine and i think we're going to meet with the period teachers briefly in a separate meet that i think was sent directly to those teachers if not mistaken yeah a calendar link was set and i promise it will be very short all right take care everybody see you soon

so they have programs that other continuations that i do know that do not have and students have you know progressed there and my own grandson went there and and he was a totally different person going in and coming out and i want to thank sarah high school for that i see why they do win this award um and i want to congratulate emily reese freshman at azusa high school for placing the top seven in the regional 15 oratorio contest taking him a monetary scholarship we're so proud of her and we're glad that she's putting us on the map and on a cold friday morning this is the rotary students interact club members leticia perez from glaston high school and emily reese from azusa high school they came to deliver and distribute 100 care packages to the pathfinder ministry food bank the community they were very thankful and i want to thank the students and the rotary interact club the opening of school meetings i've been participating in them and i want to thank the superintendent ortega his cabinet classified employees certificate certified certificated teachers students parents for all you do for ausd mot nutrition services for always being there rain or shine they're always there i walk by murray school and there they are out giving lunches to the community and um for some crazy reason during the pandemic we've had crazy weather and but they're always there serving the community and i want to thank everyone you know i sit here as a board member you do all the hard work i i'm a policy maker but you're doing all the hard work and you're all the brains behind it and i want to thank everybody for that um and i also um i'll get emotional i'm sorry um you know i i um want to close in memory of mr davis um lewis dave lewis and that has passed away unexpectedly he spent 30 years of his life at ausd as a counselor drama and friends to many he was very passionate about his work and helping students believe in themselves i went to many of his plays they were fantastic the kids all did a great job he gave the kids confidence and a place to be i i um i remember when he came out one time as captain hook and he played a great captain hook with a patch in his eye and he was all into it so he was such a beautiful person inside and out and he will be truly missed i am not sure how to do how this is done but oddly i was thinking the same thing i would like to propose that it is a unified named the little theater on rockdale after mr lewis thank you for your comments board member rodriguez pena next we have board member cruz gonzalez thank you um i just want to say and i want to just express my appreciation to everyone to all the staff the classified employees who've been on our campuses since the upright stop the teachers who are now um who've been doing a yeoman's job throughout the year but now are coming in and teaching in person and then and then obviously our management who made it really a smooth process to have us come to in person i know um for for me going to hodge it's been really smooth and easy to come to drop my son off and pick him up um so i just want to express my appreciation to everyone i know it's um we're still still very difficult and i hope that at some point we'll get back to normal but for now i just really want to express my appreciation to everyone for all that work um there's a couple other things that i have a couple questions um uh one i wanted to ask in terms of process for the theater is that something that requires board action is it something that happens at the school site um you're saying yes not a yes for board action yes so according to our board um policy um it was required board action um we have that authority uh based on the board has the authority to uh rename a part of the facility okay so i mean i'll just second i'll just echo yolanda's request maybe we can put on the agenda for the next board meeting um um so that's one um two i just wanted to call out norma camacho because while i was on spring break vacationing my colleagues at work um had a conversation with her just to see what it was happening english learners and they were just blown away with what what what normal reporting what we're doing in the district so i just want to just express my appreciation to her and then let her know like my colleagues had a meeting with with the cd staff like the very same day and so they were sharing what we're doing in azusa with with the department of education so thank you so much for all the work that all of you do especially around the english longer students um um then though i just have two more things um with the testing piece since the state did come out with the waiver um are we and i don't think i've seen any public announcements just i just like an update on terms of process i'm assuming you can give us that during your your your comments right right now in terms of where we are in terms of what kind of assessments we'll be using for the for the annual assessments okay great um and then and then um i don't want to take it away but i just want to say thank you sabrina for for for the impetus for having the resolution that we have on today around um xenophobia and calling out anti-asian hate so i just want to appreciate that that just recognize it thank you for doing that because i think it's a very important thing for us to do and make public statements um and i think we could think publicly think about like you don't actually have to wait for the board to put out any statements for the for the for the district right obviously board action is very important but we can also release statements in the interim so i would just recommend that we do that maybe in the future and with that that that's everything i have thank you thank you board member cruz gonzalez next we have board member bo hi everyone good evening and um thank you uh board member chris gonzalez i do want to make sure that i acknowledge uh board member rogers opinion um i think we just didn't communicate together but uh board members paint ahead also um put in a similar uh request kind of at the same time to have this very important resolution come before us and i think the point is it doesn't matter who says it or how we do it but that we work together and i do echo your sentiment around um you know the important piece is not the without to take action and so i'm excited to see the resolution um on our docket for tonight um i'm also excited to uh i know that we're postponing our uh diversity in hiring practices to our next meeting which is going to be on the 20th of this month um that's something that i had um requested back in january and i know that we've got a lot of things going and things take time um so again i'm gratified that we're continuing to hold ourselves accountable to move the conversation forward on a little bit of a lighter note this thursday ausd is hosting a blood drive in partnership with children's hospital la we're going to be doing that at our barranca campus um and i'm happy to kind of play a part in that and also uh to be a first-time blood donor and i say that because i've had some needle aversion in my life and i think when we talk about it and saying you know hey i'm going to sign up and be a blood donor the more we can hear it and hear other people willing to do that i think it just that's part of what education is you know being a model for our students and our peers and colleagues and then finally just a small update i don't have a lot of details yet but i was recently asked to participate on an anti-hate panel in a community in northeast los angeles um internally we don't have a date or anything like that but as that um you know we get more details about the forum and the format and and all of those details um i really look forward to being able to share that back with ours as a unified community and our azusa community and that's all i have for tonight thank you we move on to board member greer good evening everybody have a a handful of things to to share out one yeah just great job for the reopening and in just everything that that goes on to make that possible um i'll i'll share and report directly from my daughter who is in fourth grade um her her quote after these these first couple days uh being in person were um even though it feels like we're in fish tanks um it is way better than she thought it was going to be and so she's she's excited and glad and happy to be back in person and seeing her friends and so just thanks for all the work that goes across the board up and down uh the district um great great work let's keep it up um a couple of uh announcements um on saturday april 24th um there is going to be a daca clinic that is being hosted at foothill community church it's in partnership with the immigration resource center uh homework house uh my third place and foothill community church and and um it's gonna be a clinic that's helping to with there will be attorneys and other folks present to help walk folks through that process and so um i want to extend a personal invitation if there's anyone who is interested in that in in in hearing more information um you can uh reach out to me my uh my email address is agreer azusa.org or you can give me a phone call which is 626-629-8061 if you have any questions whatsoever about any of that please reach out and and i'd i'd love to see how i can help get you connected and be part of that the goal is for those clinics to be uh um to happen on a periodic basis so this will be the first one but but hopefully they will happen rhythmically throughout um throughout the year um i do also want to announce and share out that um i will be finally hosting another online coffee on april 27th from 6 p.m to 7 30 p.m um i had indicated that it was uh it has been my goal to to host these once a month um and i i was doing pretty good um it's pretty widely known by some back in january got coveted and i i am i know different people respond differently to it i'm just now getting kind of on the other side of it um and so it has definitely um hung in there and lingered but but grateful to be able to get back into the rhythm and so april 27th it's a tuesday from 6 00 to 7 30 p.m again feel free to reach out if you have any questions there and i'll be posting it online and sending emails out to anybody who has uh who's on the list uh from having been to one uh previously um i would also like to echo um the the sentiment um and and in honoring dave lewis um i i did not have the pleasure of knowing him personally um but through i mean the friends that i had when i was going to to school here um as well as the the students that i've served over the years um i've heard first hand um just the impact uh that that he has made and also the the impact and um that that you know the news of his passing has has caused uh uh you know on our community and so i'd i'd also like to echo you know um closing in honor i i i i'd echo uh having a moment of silence and and also bringing the matter forward to look at renaming or what needs to happen to rename uh the theater um as well finally um i just want to make a brief comment on um the just the the tragic realities of racism that still exists um the tragic realities of xenophobia that that just is in our world and and i i think that you know there's there's no sufficient amount of statements that can be made or or resolutions that can that can be drafted that that will even come close to to you know appropriately addressing just you know the the extent to which hatred racism xenophobia is just repudiated and there's there's no room for it in our society there's no room for it in our community there's no zero room for that within our district and so yeah i'm i'm grateful as well to see um the the resolution that's here before us as well as the other item though we are postponing it looking at diversity in our hiring practices um i agree let's let's examine and let's look through this resolution let's let's draft the statement but but let's also um continue uh to look at the action that we need to take within our district um to address this and echoing some of the comments that we heard in public comment um i wouldn't want any student within our district to to question um their their safety to question their their value to question their worth uh you know here and and and what our stance on that is um and so uh let's begin with with some of these statements and resolutions but let's continue on through with uh definitive um action um i'll just add i i just saw the email for this i haven't spoken to any um one about it but i did see an email that it appears that there will be a rally on april 24th um at city hall um that that it looks like is being hosted by um mayor gonzalez um around this very um issue and so i wanted to share that that out i i imagine that the news of that will will spread but um um this is not a um this is not an asian problem this is not a you know an asian american problem this is not a a black american problem this this is a this is these are issues that we all have to face collectively as a society and and i'm grateful that uh we're serious and we'll do that in in the coming weeks months and years thank you and um i would like to go ahead and start with um you know echoing what uh many of you have been saying about mr dave lewis i actually did have a chance to to go to uh many of the productions and um and be there and and see firsthand the the impact he had on you know in our students and in our community his passion his dedication the amount of hours that he put into making drama and theater come alive at a souza high is is priceless um the the amount of people you know that um now that you know have graduated have come back to visit um there's many and so i i do want to share with the board um you know with the public that it's actually a discussion that um superintendent and i have already had um about uh the the the little theater and so there is um there is protocol that needs to be followed um and i appreciate all of the board members um being on board with you know bringing this forth and so um moving forward um i know mr arturo ortega will go ahead and get that into into play and um we will go ahead and do it uh you know follow protocol on what needs to be done to carry this forth so thank you all for everyone who spoke today and uh my fellow board members who share the the same sentiment and um you know for mr dave lewis i also agree i also happen to hear my notes that today i you know i would also like to i was going to close our meeting and and have a moment of silence um for all of us to be together at the end um an honor in remembrance of mr dave lewis second i i am thankful to i'm thankful grateful to all of our staff from like you know from teachers to csa to um adult school to you know special education i mean it's it's it's everyone who has made this transition for our students to come back in person um you know it's it's been as some as one of our employees said it was a show it was a lot of work and i realized that and i see that firsthand um the transition was smooth on you know the parents what i saw on on my end um i had my daughter she was so excited she could you know she she attends um dalton school and she was so excited to see her friends even if it was from far away to be in a classroom with other students um she she did school and when i picked her up she said i mean this is the best ever i love my school i love my teacher and everybody who works here and just making the kids feel so special that day um for all of you guys uh thank you thank you so much um my daughter loves being in person and um we think uh you know you guys our staff for making this happen and thank you cabinet for putting this together my my request um will be uh to to please uh start thinking about summer school um i know that we are on april 19th uh middle school and high school will will be opening um and we're we are gonna go ahead and kick off this next monday but uh let's start thinking about summer school so we can have some information for our parents um and teachers and um we can get that information as soon as you guys have that i'm sure you guys are working on it but um if we can get this to the board um as soon as possible that that would be great and and third i i would like to go ahead and invite um um everyone um i am partnering up with uh the council uh mayor robert gonzalez on the stop asian hate rally which is going to take place on saturday april 24th at 5 30 at city hall we have put a program together and we look forward to seeing all of you guys because just as my colleagues have expressed and others also have expressed there's no room for xenophobia here um i personally um heard about an event that happened actually in one of our schools yesterday and i was very disturbed and to me zero tolerance i have zero tolerance for for any any hate like our board member gear said you know it it you know it's not just asians it's black it's any hate lgbtq you know we should have zero zero tolerance for that and address it right away so i feel it feel very strongly about that and i want to invite all of you guys on april 24th at 5 30 at the city hall lawn we will be there and um this is an invitation to all uh my fellow board members as well please come and help us unify here in asusa to be able to go ahead and take a stand against all of this hate that's going around and if you guys have any questions you guys can email me at g ariana's so it's g-a-r-e-l-l-a-n-e-s at asusa.org and that's all i have for today we can go ahead and move on to our next board item which is 8.1 comments reports by student board members superintendent and cabinets and cabinet we'll go ahead and start with mr alex arkenberg mr alex i do not see him here this evening okay great we'll go ahead and move to destiny destiny contreras good evening gladstone is eager to see glads in person next week this month is comments and reports by superintendent and cabinet good evening i would like to um announce that on april 6th the state of california notified school districts about new student standardized testing flexibilities for the 2021 school year due to the impact of covet 19 pandemic distance learning and return to in-person learning california has given districts permission to use local standards-aligned assessments rather than administering the casp which is the california assessment of student progress and performance this spring as zeus unified will be using our local assessments in english language arts and mathematics to report the academic progress of students in grades 3 through 8 and 11 to families the public and the state district assessment results will be communicated to families in late spring and we will be communicating this out to all of our families and staff this week thank you good evening board members staff and community members i just want to express my deep appreciation for all of our employees as we started the process for resuming in-person instruction our classified employees have done outstanding work throughout this entire pandemic and they have been integral to the reopening of schools our teachers have learned to provide meaningful instruction to students virtually and now our teachers are working to provide distance learning and in-person learning to our students i still appreciate that and our site administrators have worked tirelessly to ensure that the many many guidelines and protocols from the los angeles county department of public health have been implemented i want to thank all of our employees for their hard work and dedication to the asuza unified school district and community thank you steven ford i would like to use the opportunity to just toot our homes to uh we've had um over five um walks with la department county of health and each time each time the question is asked how did you guys do this how long did it take you can we please take pictures where did you get this template from how did you guys know these protocols and it that is just the testaments are our one our leadership from our superintendent i apologize as well as collaboration from our cabinet and then just a joint effort of all our staff members from our mlt staff nutrition services when we're at ellington um the representative he was like how did you guys come up with this grab and go i mean if you go to ellington each gate had designated a point based off the grade spin and that's across the board um we had one walk at paramount and the rep actually said you know what i went to i was already at murray so i knew what to expect so she knew exactly where to go in and it was a quick wrap um it's just one of those shows that we put the investment in they're very impressed with our scanners they're very impressed with all our signage they're impressed with our isolation room they love our cots they love the detail that we put into everything and the thought process and i think overall beyond the department of health being impressed i think our faculty also sees the heart the effort that we put in to show that we value them and appreciate them thank you natasha um good evening everyone i too want to echo my condolences and sadness for the passing away of mr lewis just as a matter of consideration uh we are going back to closed session uh so maybe we want to do a moment of silence before we go to closed session and then answer that way people can be around to to participate in that and then end the meeting once we come out in in his memory i want to thank senator rubio uh for the pac plus uh recognition uh for coming out uh under jennifer edick bryant's leadership the pack plus continues to grow it continues to get stronger it continues to get better and we are thankful for all the members who contribute to its success this is our first board meeting back since we have reopened uh schools and i just wanted to share how excited i have been these last couple of weeks to see students parents and staff buzzing at our school sites this was the first day of school we had parents with their first day of school signs you know taking pictures with their kids um we had balloons and banners mascots we had teachers and costumes going all out for the first day of school like some of you have shared i too have heard comments from students and from parents and from staff for that matter about how excited they have been to be back um so it is it's just it's been for me it's been super duper joyous ah yesterday we welcomed back our third and fourth grade students uh to our campuses and next week we're going to be welcoming our fifth through twelfth grade uh graders back uh so we have been very very busy uh at our secondary sites today we spent the good part of the morning supporting them as they get ready to reopen we did hold two town halls one in english and one in spanish for the secondary reopening and i am happy to announce that uh pretty much every single live question we were able to uh to answer and to address and for those of you and for those of us that didn't want to go live uh we did take the questions uh to add them to our frequently asked question uh document um i just want to piggyback a little bit on on latasha um on her report again it's a it should be a source of pride for all of us that inspectors from the department of public health are using the words exemplary are using the words model are using the words best practice and wanting to share with other inspectors and other districts on what is happening here and as everyone has said that is not because of a person or a person's that is because the countless members of our staff that have made that possible so thank you great thank you guys all for your comments next we move on to our general functions we're moving on to 9.1 asusa high school academy of engineering and smart materials adaptive structures and intelligent systems collaboration presentation we have mr frank chain good evening let me just get this thing on the screen i hope everyone sees it just checking to make sure does everyone see it you make it a little bit bigger would that be okay i think if you go to presentation mode i think that would make it uh larger sir yeah i'm trying to trying to get it to its corner right here there we go okay okay um well good evening board president ariana members of the board superintendent ortega cabinet members and the azusa unified community i am pleased that this evening we will have the opportunity to recognize career technical education students your support the board support the community support members of the cabinet superintendent your support in our cte thank you good evening to everybody thank you the board cabinet members for this um great opportunity to have us to showcase our the work the ongoing work that our academy and engineering students are doing and we really appreciate this opportunity to showcase these students and show the community what is the high school is all about and all of our cte programs are doing for our community um so we go ahead mr giant so last fall during the summer we were approaching this a great opportunity like we mentioned to work with the professional professors and advisors um to have students create a project and present at the annual masses conference that um dr kuzuku fuji is going to talk about in a little bit so we jump at this opportunity mr chang presented it i believe a board member approached him about it and um but we definitely took this opportunity and i approached the students with it and they were enthused about working with professionals and uh the possibility to present at this on conference oh can you go back a little bit mr chang because you could be good on talk about it about the presentation the conference mr dario do you want to introduce the people who are with you today yes that they were coming up um we have if you go to the next slide if you want they're on the next slide okay dr fuchs i think you're muted mr professor perazo maybe you could go ahead and start please yeah sure a perfect so first of all everyone a good evening and i hope everyone is having like an amazing week and from what i've been hearing maybe like the last few minutes i think everyone is doing great at susan high school so just a little bit about the smashes conference it stands for the asme american society of mechanical engineers smashes stands for smart materials intelligent systems and smart structures and this is a conference that happens every year from engineers from all over the world and you know it has different locations last year of course and this and this year it was it will be online because of the current copied situation it normally brings about a 300 to 400 researchers and specialized on the smart structures and of course you know we also focus on outreach and also collaborating with external people especially this activity this year and this past year with asus high school it was it was great i believe mr royal is going to talk a little bit more about it so i can try to see if i might go ahead yes okay sorry sorry about the control issue uh my name is kazuguchi i'm a research engineer at the university of dayton research institute i'm joining tonight from dayton ohio so we were looking for a collaborator on an educational outreach effort in the last year and we got in touch with mr dariel and it's been great working with him and his students especially in the last year it was really important to work with people who are flexible open-minded and capable to be able to facilitate throughout this difficult new environment and you will learn more about what the students will have done for the project but i was particularly impressed by the students ability to find the ways to collaborate with each other and do this um engineering design process as a team in this new environment edwin do you want to uh describe the project a little bit sure perfect yeah so just because i i forgot it's on the slides but my name is edwin hernandez and i am a professor at very close to you guys i'm from i am in irvine at the uc air bank so hopefully you can send your students here i will be very happy to meet them so of course i'm wasting time so let's go over the description of the project so of course this project it was on the uh on designing and developing a packaging designs that will limit the damage in eggs so you know that whenever we carry eggs sometimes they go on the truck or something and they start undergoing a lot of vibrations and sometimes they can be some shocks and we don't want to break the eggs so we wanted to be able to design a different packages in this case these packages had to be inspired by origami so you know folding paper and sometimes when you fall paper in special ways you are able to create small containers that can perhaps our goal is that for them to be able to take the vibration and decrease it as much as possible so the egg is as protected as possible so the students they were given different constraints in terms of their design so we said okay you have to use this particular materials and your structure has to be on this size obviously has to be very compact so it doesn't take too much space on the egg package and you know it was very impressive the students came up with first in teams they started brainstorming different designs and then they start a uh you know mentored by mr the real they start brainstorming uh different designs and they start putting them into different categories so is this good in terms of like size is this good in terms of lightweight is this good in terms of like a you know paper material etc and then afterwards you know they build some prototypes by that they mean that they grab the paper and fold it and they did multiple tests like they did like a shock test they did like a drop test so it was like a full design experience like normally exactly the experience that we normally undergo when we go into more complex engineering problems so i think it was very fun also seeing all the videos of things getting dropped and hit but and i'm pretty sure the students had a great time as well and also a learn about the design process that we do all the time in engineering thank you mr prasad um mr chang if you could go back one so we can introduce the students students go ahead and introduce yourselves and say a little bit about yourselves please hello is my is my mic working okay hi my name is lisa eng i'm a junior from azusa high school and this is my second year in the math engineering academy um and over the past two years i've learned a lot of technical skills such as programming 3d modeling effective sketching this year i'm in the principles of engineering course where we're touching upon a lot of disciplines of engineering in the future i want to pursue a career in programming or cyber security i'll pass it off to also although um i think waldo might be having issues with his audio should i introduce him go ahead lisa why don't you introduce waldo um uh wallace also my classmate we we've taken the same classes together he's interested in yeah he's having technical problems he's interested in pursuing something in mechanical engineering in the future some of his hobbies are photography and um and comic books and we'll go to the next slide moldo's design was based on the miura ori origami pattern which was used in things such as the space fire units it was very effective while also being easy to build one of its drawbacks was that it does take a very long time to build and to fold lisa's design was based off of origami springs and as soon below it took some trial and error to find the right thickness of springs that would be both cost effective and efficient the pictures to the right show how the pressure on the spring from the books help it hold its shape despite its resilience the design is complicated and time consuming to build for the humidity compression test the design was placed in a fridge overnight and undertook the same compression test to see if the design's humidity can impact its performance compared to the initial compression test the new heights of each trial were not shorter than the initial test for lisa's model for example the design did not shrink more than their original test results for the second version of this test that utilized 1.58 pounds of weight instead of one pound of weight the prototype suffered very minimal deflection as seen in trial 2 which had a deflection of 0.25 inches in terms of damage to the prototype itself the only noticeable piece of damage was on the top edges where they had become more flat than they were when they were first made and here's some of our here's some of our drop test videos from our team members elizabeth and oswaldo and as you can see in the video that elizabeth is doing right now we dropped she would drop the textbook of varying weight varying weights and they would and they would see which weight would crack would finally crack the eggs and it would and the design would be considered a failure some valuable lessons i learned from this project was it's very important to keep communication at all times especially when you're going over zoom or google needs or just in distance learning in general what my group did what people did was that we set up google needs to work on during class together and we also created a group chat where we would search into our progress and discuss each other about the project um some soft skills which obviously include communication we also learned valuable critiquing skills and academic discussion where we would evaluate each other's designs to see which would better fit the criteria and the basis of this project and one of my favorites of this project was the professional collaboration we had with our advisors after we compiled all our data and all our videos onto our presentation we sent it to our professional advisors to have for critique and we would take and improve our project even further and i thought that was really cool to have some professional input on on stuff that we're doing and we can go to the next side piece i think also although still having mic issues all right thank you lisa that was just a very a snippet of a presentation of a few five group projects that were highlighted and tonight so what's next for these students um one group or two groups is gonna have the opportunity to actually present at the conference i was mentioned earlier um i think it was originally supposed to be in person but it's going to be virtual this year and probably the year after hopefully it could be in person so that's going to be in september so we plan on collaborating again next academic year it was a tremendous great experience working with these advisors these great advisors that helped throughout the whole process and lisa is going to speak a little bit about the internships for this summer um the k-12 foothill consortium internships they're run by a woman named amy full she helps us gain industry connections through the our nation's cte track and we actually compete completed our first internship training today we're gonna have our next one next week and we're gonna start our application process and looking into some companies and job offerings and internship offerings as well um one of the internships i've already applied to to this through this consortium is the la metro summer internship we're gonna we're gonna have a list of companies that are interested in us around the next following weeks so then we'll see which ones that we're interested in like the city of hope or nasa and a fun thing about the consortium internships is that um we once we complete these summer internships we become cte certified and that and i and i believe that's the term cte certified yes and sometimes that our partnership when with naf the nav engineering academy actually give automatic interviews to students who are cte certified during some relationships so it's a good step into the professional workforce thank you lisa next slide so really quickly these are the group project links if you have a chance please take a look at them and provide some feedback for our students and myself and our advisors and also links for this masses conference and the mechanical engineers um website for more information mr del reyel would would you please email that to to the board um so we could take a look at that absolutely absolutely uh yeah this link here and it's also on the our our school website but i will definitely email it to you thank you we would like to thank you for your time board members cabinet community i think it's really important for the community and everybody at the district to know what our students are doing um i mean they're they're the ones on the ground they're the ones basically um getting out there especially in cte with the internships and these types of opportunities i think those are the most besides learning the theoretical things in the classroom i think these are the types of things that are the most um beneficial to them in their careers and whatever careers they want to pursue so again we like to thank our um thank you for your time and advisors and if you guys i'm up i don't know if we have time but uh you could either for me questions or if we have time students can answer or anybody can answer questions right now if you free time allows actually yeah that would be great i actually um want to open up to to our board members um for any comments or questions i can go ahead and start i i just want to congratulate you lisa and you know um i've known you guys for quite some time i see the dedication that you put into not only your schoolwork your extracurricular activities um and i when do you have time to to to do everything i this is like so fun i i see that you know you guys are dropping the the eggs you know my question is like when do you have time and how many cartons of eggs did you have to go through to to you know to get your variable um for for this project sort of carton of eggs i personally wasn't a team member and dryers are breaking the eggs my mom would have killed me if i did that so we had oslo and elizabeth take the blow and i think it was roughly just one carton of eggs because once the eggs broke and the testing process would be considered over the design like out of failure and thank you for thank you for your compliments yes yes for your presentation it was really great i think that um when you look for the internships where where do you go to look for internships have you went to northrop grumman here in azusa well we can't really explore internships in person um we get our internship opportunities through amy fall with the foothill consortium um she emails us with any with every and any internship opportunity she she gets through her partnership companies like forward v2 an internship with la metro i've applied to it but i'm i'm awaiting their response right now and then the next following weeks as we continue with our internship trainings um they'll give us a list of like companies that are interested in taking high school interns from us i would like to comment a little bit about it so thank you the the foothill consortium um through the grants that we have gotten the c-take the k-12 strong workforce um was able to partner with the um san gabriel valley economic partnership who hired amy full as a consultant to in fact um look for internships of local internship opportunities from local businesses and present it to all the consortium students last year was our first year in which we were able to have internships available albeit it was virtual this year will be virtual again some of the internships that we were able to get have been in person but the majority have been virtual and this is a beginning stage of the show i say this is our second year and i believe we have six partners this year met possibly seven and we are continuing to build opportunities to ensure that all of our students and all of our pathways have an opportunity of an internship i have a question um so this is supposed to students and since oswaldo is having technical difficulties maybe he can type in his answer if he wants so what through the whole process from like brainstorming to design process to testing what was the part that you liked the most and what was the part that you felt was like the most difficult is this a question for both me and as well for both yeah both of you and i mean since he can't speak if he wants to type it in that's great that would be great okay i'll speak while he types his response in the chat okay one of my favorite parts of the engineering process is the brain often times some of course some of my designs won't make it into the final product but i do like i am a very artistic person so i like to sketch out all my ideas and get it on paper that way i can go that way i can communicate it with my other team members what i'm thinking about if you look on the the powerpoint slide there's a slide full of my my drawings and stuff of of what i was gonna do what i had in mind for my design and the hardest part is i want to say choosing it choosing the design like by myself it would have been particularly hard for me to choose between my own designs because i'm a bit because i made it but that's why we have team members you know so i enjoyed uh critiquing each other's designs and my own designs through the lens of my team members and picking which one would be that's pretty good with the team thanks do you have any okay we have an answer from mr uh osvaldo it says the most difficult portion of the process was most likely the brainstorming part this is mostly because it requires a lot of thinking a lot of attempts and finding the best design the most fun part was probably testing since i was able to put our design to the test thank you spaldo does anyone else on the board have any questions or comments i i would like to to also share this is this is exciting to see in asusa um as a former student myself here of asus unified school district that this is something and i'll tell you guys that we we've never done that you know this engineering program all these things that we are offering our students um we're we're we're a competitive district and i think a lot of the times um you know um we just don't toot our own horn you know and so i'm very appreciative of um you guys presenting tonight because you lisa and osvaldo um and our our fellow uh professors dr fuchi and dr hernandez and mr del reyel you know by by you being able to provide this for our students and expanding their horizons and being able to uh you know to to bring this forth and um mr chain uh teaming up with amy um opportunities that that you know are gonna come forth to our students are just great and i'm looking forward um lisa nosvaldo to to um hearing about your journey and um what else may come from this and please keep sharing with us the great things that um you guys are doing so thank you so much if there's no more comments or uh questions from our board then we'll go ahead and move to our next item thank you again for your presentation and good luck and thank you for being here uh miss gucci i know it's a different time zone where you're at so thank you for staying up with us we will be moving on in our agenda for today we are going to move on to 9.2 review of the 2019 2020 asusa unified school district audit reports and we have shiloh garos be here with us welcome hi thank you for having me can everybody hear me okay yes great um i i am guessing that i should share my screen unless you had a copy of the report that you were bringing up um on your end or should i should i screen share on my end yes if you could please screen sure okay thank you give me one second okay and hopefully everybody can see my screen now can you make it a little bit bigger just for those of us at home what i am sharing right now for you is is really just a singular page in the audit report that uh does a great job of going over the results of the audit that are included within this entire report you know this is over 100 page report and i'm sure as much as uh some of you would like me to go through every page i will i will summarize the results of the audit for june 30 2020 and then of course i'm always happy to answer any questions that you might have after i after i cover the results and the reason why i bring you to this particular page in the report is because within our audit you know for those of you who may be hearing this for the first time our audit is designed to do really four specific things one we're we're providing you with an opinion on the financial statements that are presented in our report based on our audit and our goal is to provide you reasonable assurance that they are materially stated and so that's that's the first goal the second goal of our audit is to provide you a report on the internal control structure over the financial reporting this is a requirement under our government audit standards and in that report we are providing you any findings that we might come across during our the course of our audit that we would classify as either a significant deficiency or material weakness and then the third item that we do provide in the report is a compliance opinion on the federal programs that are operated by the district as well as if there are any internal control deficiencies identified over the federal programs and then the last but not least at the bottom here i'm scrolling is the state compliance we also offer you an opinion on compliance with various state programs that are required to be audited so with that said going back to the top the uh auditor's opinion on the financial statements is considered an unmodified opinion now what that means is that as as presented we believe the financial statements are materially stated based on our audit it is the highest level of assurance that we provide in an audit and it is considered a clean opinion so the financial statements are fairly stated as it relates to that second report on internal control over financial reporting in that report we are reporting a material weakness in internal controls and the details of that um internal control deficiency is is on the next page and i'll scroll to that in a moment if if there are specific um comments or questions on that but um mainly the the results of that finding pertain to the we did have audit adjustments and other errors that were identified during the year-end closing process that resulted in an audit adjustment as well as just some other errors so so the material weakness identified relates to the internal controls over the year-end financial reporting and closing process and then as we move into the federal programs we are off uh providing an unmodified opinion on compliance again as i mentioned before that means the same thing it means that as presented we did not we do not believe that there is any non-compliance based on our audit so that's a clean report on compliance and we did not identify any internal control deficiencies related to the federal compliance as you can see here down at the bottom of the screen we identify for you the programs that were subject to audit under that federal program audit this year and so your child nutrition program cluster as well as the title iv 21st century community program those were the two audit programs that were specifically subject to to this audit and last but not least the state compliance report is unmodified so over as a result of the various audit procedures that we perform over multiple state compliance areas that really are governed by the department of education and the uh education our audit guide that's issued by the education audit appeals panel um state controller's office we have our mandated audit very specific programs so things such as how you report attendance how your instructional minute calculations if you have a after-school education program that's funded by the state the unduplicated local control funding formula reporting there's a lot of very specific programs that we have to audit so that unmodified opinion means that we did not have any findings related to any of the state programs that were audited and then i just wanted to scan to this page so if you um had an opportunity to review in advance and and and were wondering where the results of uh the finding that i mentioned related to the material weakness this is where it starts on the very next page after what i just covered so pdf page 108 and this really details out for you what i mean by those errors and adjustments that we included within the audit when there are any other issues that do come to our attention as a result of the audit that don't rise to the level of a significant deficiency or material weakness oftentimes these are are items that pertain to maybe your associated student bodies where they don't represent a significant portion of the financial statements of the district but we do think that there are just some things that we believe we should bring to management's attention we do include them in this it's really it's really kind of the end of your report it's it's a letter that's addressed to management for observations that other observations that we come across and then we include that in this letter as well so like i said these are just other areas where we might have some observations uh predominantly you'll see you know asb type of observations here we do want to bring them your attention but we do not believe that they impact the financial statements as a whole and that being said i am going to leave my screen sharing up but i mentioned i didn't want to go through 100 pages oh those are our results but if there are specific questions or comments or concerns i'm i'm happy to take them do you have any comments or questions from the board i have a question so this this audit um how many times uh so is it every other year is it every year how many times does our district get audited like this it's check and balance so i would really like to know you are mandated to receive an audit every fiscal year so um you know the the district fiscal year ends june 30 2020 we you usually receive your unaudited actual sometime in september and between september till the time we have to issue the report which is normally december 15th the state required deadline we would complete the audit and and um and provide the report we had uh we were granted everybody was granted an extension this year by the state because of covid and so we had a little more time this year to finish the audit and and and present the reports which is why we're here tonight as opposed to when we would normally um come to the district in in like january december january so one last call anybody have questions comments for president i could uh have a moment to just thank shadow and her team i know she played an intricate part um and my transition and understanding where we are where we need to go um they've been very responsive very attentive um i know we have work to do but she had the foresight to identify areas of needs we were able to collaborate on solution vice versa i just want to help with thank you latasha for you know for that um and shut up for being behind the scenes and helping latasha uh you know here in our district and this is very very important because it's our money and making sure that we're spending it correctly and making sure that like you just said right now that um uh what was it called an it was the un unmodified unnotified and that's that's that's where we want to be is that correct yes okay um if there's no more questions then we'll go ahead and move on to so thank you shiloh for being here um we're going to be moving on thank you very much thank you we're going to move on to our agenda item we're 9.4 approval of resolution number 20-21-27 denouncing xenophobia due to copa 19.

hello my name is laurie white i live at 408 fountain street in ann arbor and i am just calling in to say that i support a municipal solar utility thank you thank you for calling caller ending in 194 sorry hi this is rita mitchell i live at 621 5th street and i also support a municipal energy system for the city of ann arbor i want us to move as swiftly as possible off fossil fuels to renewable energy options and um that means all nonsense oh non-fossil fuels and non-nuclear so um i'm looking to you all as as those who are in touch with the issues and how to move us in that direction and um the way we need to go thank you calling in missy or muted it's been a long time since i got that one on zoom uh yes no more hands raised no more hands ready okay um any comments from any commissioners or should we go ahead and move on to the main which is the energy report and i just i just have a comment um i think it would be uh worth having a a look at the uh if we do move to a feasibility study um it should be apparent to people that as a municipal utility we would be responsible for all electric utilities in ann arbor and we would have to probably be buying fossil fuel generated electricity for some time to from outside sources to deliver in ann arbor until we were able to ramp it up so i know that calling this a municipal solar utility has some cachet value but we're not talking about creating a renewable energy utility some people in michigan are talking about licensing a third utility which would run all of the renewables for the state and that would be a renewable energy utility but a municipal utility as a portfolio of power and one could look to a number of municipals in the state who buy power from consumers energy and from others um as well as self-generate renewables and others so um i just want to make sure that we're all sitting on the same song book and municipal utility can generate power with solar as well as other sources but it's not necessarily i don't think anybody's talking about a municipal solar utility but if they are that uh it would be really difficult to do just to clarify that any other comments if not we'll have an opportunity to do that um after the energy report from the office of sustainability innovations um missy you want to go ahead and start with the energy report then sure chambers can we do have one hand that just popped up from public comment i don't know if we've considered moved on or if you're okay taking that that's fine uh caller ending i'm just double checking yeah 172.

there is a separate calculation for textbook textbooks at 9 12 but those two amounts per student are added together for purposes of this um slide any questions on that daddy i i have a question and it might be for you dr mccord um when the when prop 301 expired and he and the governor had this 32.82 cents that would go to um to our our budget did we have to change anything in you know remember years ago when we first did 301 we had a plan do we have to change a plan at all sorry we haven't changed anything related to that yet they're they're starting to loosen up some of the qualifications related to that for next year but um we haven't fully gotten all the information so so just that you just have to pull the and 82 cents per student out of that correct right so um so they've done that at the governor's level and at the jlbc the joint legislative budget committee so we don't have to worry about that it's done for you for us yes it's done for us yep so they're just basically the state is just taking this that amount of sales tax revenue and moving it to the to the general fund okay so here are the maintenance operations budget capacity assumptions so again fiscal year 2022 student accounts we always start with the student counts 200 k8 are expected to be decreased going into 2022 from 2021 200 high school students are expected to drop as well the aoi arizona online full-time and part-time are set equal to fiscal year 2021 again it's so difficult to estimate whether any of those students will come back to bricks and mortar or not and there was no basis for what the estimate would be and so therefore it was set equal to what's happening right now in fiscal year 2021.
