Barrow man is here today so we will go on to written correspondence Wow okay so approval of Board minutes is next an emotion that the board approved the minutes listed below as recommended okay any discussion looks like we have two minutes from one regular meeting and three to special meetings okay all in favor aye most okay next we have our superintendents update I just want to let everybody know that our security task force that committee subcommittee was established by the board at the last meeting and we actually met on Friday morning and a really good start and we set some goals for the committee and we'll be convening again at the beginning of June we also mrs. Sturm and mrs. Sturdivant met with me and our PTO leaders um what was it this week wasn't it Monday we met wow the times gone by so quickly and we talked not only about the 1819 budget but we also talked about our building facilities project as well and so input and then answer questions and really went through a number of things and really made some progress and also how we can engage the rest of the community and parent groups and so forth so very productive time together and I think the PTO leadership for giving us their time the annual annual town budget meeting was held last night the budget referendum is set for May 15th BEF Brookfield Education Foundation honor an educator will be held here on May 10th at 2:30 and a number of people over a hundred people I think we recognize for honoring education is pretty exciting and then the final thing is I have an announcement Eric Conklin our Technology Director he is in our be a chess board at aureum on the evening of May 15th he's holding our first-ever families in the digital age education program really so it's a very I won't get into it tonight but it's a comprehensive agenda to talk about all kinds of things from social media to all kinds of things I'll leave I'll leave it for Aaron but it's gonna be a great parent education piece for our parents and for the community and he's teaming up with his technology directors in the local area and so we're inviting each other's communities so parents can't make our night there's going to be another one in a different community and we're working on that and one of my goals that I'd like to set with the board for next year is developing a parent University where we have all kinds of Education X education next spring for our parents and this would be one of the programs we'd include so we're excited about that and appreciate Aaron's leadership and spearheading that and that's all I have dr.
Brill do we have a time for that um oh yes do you have a time it will be 6:30 in the election on May 15 thank you families in the digital age and who are the members on the task force exactly the members of the task force are from the Board of Education we have colette and rosa and bob and i'm on the task force along with chief Pursell and then we're working on those individuals there's about approximately 10 individuals who sent in emails to either the board or to me expressing their interest in participating in the committee so we're going to chief Purcell and I are gonna look a little further and send out a communication asking for a little more background information on those individuals and then bring it back to the committee to make a final decision of the make the final makeup of the committee thanks for asking joy you did leave that out any questions for dr.
brewing along we have these subcommittee reports and first there is Cape okay so we met on April 24th as a cape committee and we had a presentation from the Whiskey near middle school ela Department and they shared units of study that they have been developing for grades 6 7 & 8 using the teacher's college readers workshop and we were really impressed with the level of rigor that we saw in the units that the teachers are able to develop and we saw real a real work towards vertical alignment from grades 6 to 7 to 8 and the middle school requested our support of adopting the units of study for reading in grade 6 7 & 8 and we voted unanimously to recommend that adoption and then Assistant Superintendent Ruby also gave us an update on the emotional intelligence work that's being done in the district and there's been charters that were written by the middle school huckleberry and center school as well as the Administrative Council and the middle school has worked all year to teach adults what the ruler tools are I think they're really the idea is in order to implement this emotional intelligence work effectively the adults in the building's really have to understand and embrace the program before we roll it out fully to the students there's going to be a parent workshop in at Yale in May and for Brookfield parents will be attending so that's another piece of the training is to include the parent community and the assistant superintendent also participated in the Yale Ashoka fellowship which was part of that work as well and then Maureen also gave us an update on important professional development that's been going on for literacy science and curriculum there's been curriculum work with Murray Alka which has continued the Smithsonian science has developed PD for us with this k-8 pilot which has been completed and we were very impressed with the work of that of the Smithsonian and there will also be eight full days of reading instruction PD which was funded by an s IG grant which includes reading with special education teachers from K to 8 as well as the st.
Joseph school and some high school teachers as well thank you any questions for J [Music] I did that I'm sorry I didn't attend all the spelling Feeny will fix it what part did I spell wrong oh yes I see that not yet all right I apologize is there are there any questions that people might have on the units of study for reading pilot that taught in here okay Thank You Jen next we have the policy communications update okay so we met on Wednesday April 20 regular Board of Ed meeting and one of the things that we discussed mr. Steve Baldwin came and really kind of informed us that our scoreboards are in sort of dire need of replacement they're really old they're sort of past their useful life and specifically the ones that are inside the gym and one of the things that some of the other districts in our area have gone to doing is putting advertising actual scoreboards to help pay for the costs of them and actually because the advertisement can change it will actually generate some revenue in a couple of years so that'll be a proposal that will be coming through to the board for for everyone to kind of look through but we just wanted to we took a look at the policy that it was concerning specifically number one three to five and that was on advertising and promotion and the subcommittee determined that it is not in violation of that policy so that'll be something that the board is gonna look forward to reviewing more fully mr.
Conklin also spoke with us and brought forward a new policy number three five to zero point one three which you guys have and that'll be we'll talk more about that one later that's on the agenda but essentially it is the student data protection and privacy / cloud-based issues essentially students who use any of the apps or any programs that connect to the internet they generate student data whether they upload that information or it's generated through the program so that policy essentially states who can use that student data and how it can be used and there are more policies surrounding student data and those are still in review with the policy subcommittee but that particular policy will be later on the agenda tonight we also spoke about the families in the digital age which doctor Burrell already mentioned so that was pretty much it any questions I think the one thing regarding the families in the digital age was that we discussed that Eric Conklin would post on the Facebook page when they were upcoming meetings or events to try to inform the community in advance of like a school reach or a school reach wasn't going out for whatever reason or as a reminder yeah and hosting I think more information from Facebook as we've kind of an ongoing discussion about how much and when and where so thank you any other questions okay so we can move on to the strategic facilities update okay strategic facilities update not at last meeting last night's meeting but the meeting before it was a recommendation of the committee that committee members go out in addition to the public forum we have and speak to different groups and be available in just a broader range of outreach concerning what we're working on as dr.
Brill said chairman storm myself and dr. Borel met with the PTO leaders on Monday at 2:30 at the school offices and we did give them an update on where the committee stood what we're going to be doing and again encouraging everyone to come to any of our committee meetings in addition to the next public forum which is June 7th at 7 o'clock tonight we sorry last night we did have a meeting with the committee about 10 different proposals were shown to us by Tecton associates our hired architects discussions took place being there was so much information to go through and so many questions that committee members had in addition to there were a pages of comments that were written in to us regarding the survey that we had out that we decided to schedule another meeting and that is going to be May 7 I'm I have to look I'm sorry may I keep goofing up sorry May 8th Tuesday May 8th at 7 o'clock and we're going to be having that at the at the TSO the school offices and again I encourage everyone to come there is opportunity for everyone to listen and to voice your concerns some highlights from the survey we had approximately 600 responses to the survey which I just find overwhelming and I'm just very excited about it and thank you for responding if you did 6 were paper at the balance 594 were online so Eric Conklin did a great job with getting the message out to everyone through the internet we with the Facebook group and also with the website two really large things that stick out in my mind is 92 percent of the people that live in Brookfield that have children in the Brookfield public school system move to Brookfield because of the school system so that was kind of encouraging so you must all be doing a great job because they all want to live here besides it's a nice town and China there was something else that was 62 Perot 62% of the surveys received back favored at K through five school so that was interesting to to read that also other than that it's a lot of information that was looked at last night talked about again we're going to be reviewing that again on Tuesday May 8th at 7 o'clock so please come and mark on your calendar Zhu vii is the next public forum please come please come with your questions please come with your concerns and there will be plenty of time for everyone to speak and for us to respond and it's going extremely well the whole thing so does anyone have any questions for me addition Debby joy you're on it dr.
brill nothing good right thank you thank you for for your help the community thank you everyone thank you okay next we have the consent agenda recommend a motion that the board approved the items listed below on the consent agenda as recommended any questions in fact adjust if it's okay Colette if I just comment briefly we have two longtime teachers that are moving on at the end of the school year and that would be mrs. plurid from the English department in joy Sharon our art teacher from here at BHS and then from whisky near longtime teacher 34 years in Brookfield Mae Blankenship decided to retire and she submitted her her letters recently so we just thank her for 34 years of service and just wish her all the best as she closes out for a career here in Brookfield and thank her again so I don't know if anybody else has anything our gratitude to everyone and and with miss Blankenship I still cannot look at the moon without thinking waxing or waning and it's all due to the moon journals yes yes my daughter did that this year class yes okay all in favor aye opposed okay we'll move on to new business we have the adoption approval of Teachers College units of study reading for grades 6 through 8 recommend a motion that the board adopt and proved the changes to the Teachers College units of study reading for grades 6 through 8 as recommended by the Cape subcommittee and assistant superintendent dr.
Maureen Ruby is there any yes on this we presented I didn't present I was just there facilitating but Dean and his team did a great job presenting what was being done with the pilot that was approved by the board in late September and the 6th grade teachers who had completed the their pilot work presented and brought in student work student journal student papers anchor charts from their classrooms and then the current work that's being done as a result of the teaming at the school and the work was and and Aaron's our consultant was explained for the remainder of the pilots and I think that the comments that Jen made about the quality of the work speaks to why we've decided to request board approval of the adoption of the six seven and eight units as you probably recall we have the board adopted the K through eight writing units two years ago as well as the k5 reading units but the six seven and eight reading units had not been published yet one of the questions that we thought was really key to ask because we're not just gonna buy something because we have the other part of the set was you know what was different about your teaching because they were used the same text that they had been using before the same key text but what was different about your teaching using the teacher's college units for reading as compared to what you had done previously and I I think it was drastically different the level of use the term rigor the the depth of the analysis of student thinking and I you know I don't know if you want to add anything Dean to what the difference was yeah yeah I think the level of excitement of the teeth of teachers yeah the teachers were I think highly animated and excited about their work I think that we could have gone on for a lot longer listening to them so we respectfully request that they put the funding in the budget for next year anticipating that this was going to be successful and they would make the request and that he would approve it but we do need to request your approval any questions for dr.
Ruby or the Cape to me or discussion at all okay all in favor proposed alright sounds great thank you look forward to it thank you very much thanks team next we have me on student data privacy policy recommend a motion that the board approved policy number three five to zero point one three student data protection and privacy cloud-based issues for our first reading as recommended by the policy subcommittee second I'll just say one thing about this policy it's really lengthy you'll notice that and when you read it it will sound somewhat repetitive but I just keep in mind that we're trying to convert all of our policies to the cave written policies and that'll just make this you know in a couple years when they update this we can just streamline updated insert Brookfield and Board of Education and all that so any of the I think Eric on the very last page put a little notation for anything that he changed from the original Cape version but basically everything else is the same except other than like inserting Brookfield public schools there's just two small changes that he made just for clarity so even though it might sound somewhat repetitive maybe let's try to get through it well you'll find that like four of the six pages are definitions yeah smell boots oh let me just add a comment when you read this the issue is contractors you know people we're buying software from people that were better we're providing a service that may include student data it's we can control our own student data the stuff that's in our hands we have other IT policies that do this when you read this this is about when you go into a contract with Google Docs you know any of these learning tools that might have student information in it we need to contract and make sure our suppliers are held to the same standards we expect of ourselves and what Eric told us was that for the common the common providers Google being one but there's a like a that she said about ten of sheriff statewide they're doing statewide level contracts that are standards the power school you know how it goes another one our management systems those will be done but we have a lot of things that we do right so this what you'll read this it will dictate a set of standards that have to be in that contract that they that the that our suppliers have to sign up to it's it's really important that we adopt the policy and the urgency he had for us was that the state has said we want these policies in place by July 1 so that's why it's which separated it from the other ones and so if I if I may add Bob and Rosa that's okay the it is it is a new law it's been legislated it is a mandate that we have this policy cabe with their their myriad of policy lawyers has developed this policy so it's been vetted dan Murphy our Board of Ed attorney has vetted this policy and certainly the policy committee has gone through it with a fine-tooth comb there are three real key components that you know if I could summarize what Rose and Bob talked about which is we own the data it's our student data when we enter into these with this policy when we enter into contracts if there's ever a breach the vendor is responsible to handle that and and rectify things and then when contracts are terminated with vendors the data's ours so we have to clearly define those things and we've frankly for a long time when you know technology has gotten ahead of laws and practices and it just has and so this is a way to really get a handle in making sure the confidentiality of our students and their all their data is protected so it's a great policy to have and its first reading tonight and then at the first to finally would be finery or it goes through 30 days from now whichever do meeting that that would be our first yeah first you me okay so when is next policy we toss about we talked about having a meet but we could we were gonna have a meeting I think we'll play before our or next day right that's our that's our regular schedule mean it but just before next for that man okay so if anyone reads through it it has any questions comments when would you all like them by what about meeting yeah okay so let's say in the next two to three weeks if it all gets be honest to what we've tried wins just just yeah just for new members when you start really digging into policy there's a lot of legwork that has to happen so if board members if they have questions can get to the committee maybe by Friday I think it's May eleventh which is prior to the May 16th next policy meeting so it can be funnel through Rosa and then if there's some research that needs to happen and you get touched lawyer or whatever if there's a question we'd have some time to do that that'd be very helpful so homework for the next week and a half we can go through the house and any questions move them on so may 11th yeah let's say I just have one comment I for one am thankful that you are doing this and I appreciate the work on the committee especially when it concerns the internet and our students it's just it's so important and I just again thank you so much for Kurt doing this for us okay we just have to approve it for first three it's all in favor aye opposed thank you for all your work on that policy Communications Committee and next we have the approval of the IDE a grant application yeah recommend a motion that the board authorized the Superintendent of Schools dr.
John Burrell to submit the annual district IDE a grant in accordance with federal regulations circum and so we could share with you what the IDE a grant entails and I invite dr.
Cipolla who prepared the grant to the podium be sure that you certainly answer any questions as well but unless the album Oh yep sorry I think it was on the first time the vast majority of the funds in the grant we use for instructional personnel so staff members special education teacher social worker paraprofessionals so that's really the bulk of the grant funds it's actually almost about four hundred and seventy thousand dollars for instructional personnel and that's consistent over the past several years as far back as I was able to look the rest of the funds we actually are planning to use for some contracted supplemental speech and language services for professional development and there are some funds that the state tells us are signed for students who are parentally placed in private schools so those are our two non public schools in Brookfield Christian life Academy and st.
Joseph's school so we have some funds to support students with disabilities who be a parent choice attend those schools do you have any questions about what we're planning to apply for or the grab so do we apply for a specific amount in the grant yes so our grant application is based on the amount that we received last year so that is there's some specific funds for special education it's just over five hundred and twelve thousand dollars and then someone's her preschool which is about nineteen thousand dollars okay so we base our application on those amounts and then if there are adjustments the state tells us when we make adjustments after the application so generally it's a similar amount than the prior that was Michael underlying question yes thank you miss Christine any other questions okay all in favor aye my opposed all right that just leaves the upcoming events okay so at centre school this Friday May 4th is family game night from 5:30 to 7:30 in the gym in the cafeteria and on Thursday May 10th there's a PTO meeting from 9:30 to 10:30 and on the same day May 10th is also kindergarten information session from 6:30 to 7:30 at huckleberry there's a special education meet-and-greet which is tomorrow from 9:00 to 10:00 in the media center this Friday May 4th the third grade is going to the Connecticut Science Center next week the week of May 7th is the grade 4s back-testing Tuesday May 8th is the grade 4 band concert right here at the high school from 6:30 to 7:30 and the week of May 14th is the grade 3s back-testing Tuesday May 15th is a PTO meeting at 1 o'clock at whiskey near on Tuesday May 8 the seventh and eighth graders are taking a science field trip to the Eli Whitney Museum on Thursday May 10th is a spring concert right here in VHS from 7 to 8:30 on Monday May 14th is a seventh grade PTO sponsored cultural assembly on birds of prey from 9:30 to 10:15 on Tuesday May 15th the science team field trip to the Maritime aquarium from 9:00 to 2:30 and we have two fundraisers important fundraisers we're hoping that people will come out to support our Aussie of the mind teams they're gonna be going to the world finals in Iowa the end of May so on Saturday May 5th from 11 to 3 there's a fundraiser car wash at Center school so that's Saturday May 5th 11:00 to 3:00 and on Wednesday May 9th from 5:30 to 7:30 there's a fundraising dinner at Hacienda a here in Brookfield so that's Saturday May 5th and Wednesday May 9th two fundraisers to support the I see the mine teams to go into the world finals and I just add one thing if you don't mind um Odyssey of the mind they are also having another fundraiser where they put these adorable chickens on your front lawn I was having the worst day whoever sent me the chickens thank you I was having the worst day I had a load of groceries in the car and I was like oh god I've got to pull them all away I pulled in my driveway and there were those two little adorable chickens looking at me so whoever signed me up thank you it'd brighten my day and in turn I also made a donation and I'm getting a prior board member is next so clucking I got I got I got clocked but anyway it is if you get it please donate please continue to spread the sunshine because it was just so much fun I didn't I didn't clock you I wasn't made I did Harry shaker okay that concludes our agenda so without objection the meeting is adjourned thank you everybody thank you [Music] [Applause] [Music] [Applause] [Music] [Applause]
