Can you zoom in just a little bit, please, Kelly? Of course. Thank you very much. Just give me 1 minute. It's a little slow. Is that better? Yes, thank you. Committee members, can you see that okay? Can you make it a little just a little bit bigger? How's that, Ms. Cooper? Uh better. Yes, that's better. Okay. Thank you. Um in addition to testing all students, there is a line here talking about students with more significant disabilities, particularly cognitive impairments. There's an alternative assessment um that is also permissible for those students. Um, it typically the state recommendation is less than 1% of the total student uh population. So, it is a very small number of students. Um, but it also does indicate uh that we have that alternative assessment for uh students with special needs. Some students with special needs. Lastly, it indicates the timing of the testing, which is the last 12 weeks typically of the school year.
Um is there any discussion at this time? Okay, let's go ahead and u vote. Eileen, can we start with you? >> Lando I. >> Conan, I >> Hace I. >> All right. Um with a vote of five to zero, it's unanimous. Uh that passes. All right. Um let's see. At this time, uh we're going to be moving right into our board workshop topic. And uh this evening we're going to be um discussing afterchool program. And I'd like to call up Heather Suentes. Oh, okay. Good evening. Um, we are super excited to be here tonight to share about the expanded learning program. I think at this point in time, expanded is really holding its name to to what we've been doing over the last year. We have coordinator Kellen Quac or Hennessy here. She's going to go through some of the slides. And then we have some special guests.
So when we start looking at next year, we want to really stay within that fundamental of balanced assessments again, but we're going to start looking at uh creating benchmark assessments. So, benchmark assessments are multiple units or multiple chapters within a um given class that will just give us a little bit more of a look at where are the students at in comparison to what they should be able to do towards the standards. And so, the standards are what we teach um that are uh embedded within the curriculum and the high quality instructional materials that we provide the students. So, starting next year, we're going to really just focus on ELA and math and we're going to start making sure that we're giving those assessments at least quarterly. Um we will have uh three of them in uh math in K12 or in uh K12 or K through algebra 2 math.
Are there any modifications to the consent agenda as it stands? Okay. Um all in Is there a motion to approve the consent agenda as presented? >> So moved. Thank you, John and Peggy. Um all in favor uh motion of approving this motion, please say yes or wave at me. >> I. I. Awesome. All right, um the the consent is approved. All right, so uh do we have anybody for public comment tonight? Uh I'm not seeing any public comments or or any attendees, so I think we can skip that part. All right. Well, we'll move into our agenda. Um there is no business, so information for discussion tonight where um this is for Chris. He's going to help us understand the existing public art fund agreements, and I believe those were attached. Um I did look through those. Looks like there were two from 1999 and um one for the chair, the um memorial.
And then remember to get your application in. We'll have that link open for at least a month and it should be live in in very shortly. Let's thank Emma Tarik again, class of 2027, for singing the national anthem. Beautiful. >> [applause] >> And thank you to DHSTV Media and CCT for their support of the DEF and the Spelling Bee. >> [applause] >> Now, we want to make sure that nobody is cheating, and so we're going to have somebody go around and collect all of your cell phones. So, hold up your cell phones and we're going to put those Take it out. Hold up your cell phone. We're going to have someone come around and grab your cell phones. Okay, now while you have them out, silence them. We don't want them going off or ringing or buzzing. We're not actually going to collect them. That was an April Fools' joke there, but please silence your cell phone so that we don't have distractions there.
Um, sometimes the state testing window is adjusted slightly. For example, this year it was extended 1 week into early June due to the um number of snow days many districts had across the state. Um, and then typically uh the science assessment um is given usually in March or early April. So, Kelly, is this designed this policy to replace the 5121.2, which is the honor uh honor roll? No, it's it's meant to add in above it. We did not have a policy talking about state testing. So, we're still recommending that we keep the next policy, which I'll bring up, which is the honor roll policy. Um, you'll notice that the numbering is the same number. The honor roll is just .2, which is why I put them in the same bucket. But, uh like I said, we did not have the last time we did the policies in the series.
We have two of our site coordinators. We have Nate Hec and Megan Groody from the Citrus and the Hooker Oak program. And then we have some extra special guests from Hooker Oaks after school program which are our students who are going to be sharing about some of the the um things that they're doing in the program. So they have some excitement. They've been preparing a lot. So they'll be the closer for us. So without further ado, we'll kind of get started and going through and I'll introduce Ken to take the lead. Hi everyone. Um like Heather said, I'm Ken Claw, Tennessee. I'm the administrator for the expanded learning programs. Oh, do I get to take the wheel? Oh yeah, there it goes. Um so our mission in expanded learning, we're a we're a big umbrella that covers most things that happen outside of the school day for our TK through sixth grade students.
And then we will also be making sure that we will be giving uh quarterly assessments or four of them in ELA. Now those assessments aren't just over one unit or one chapter. They're multiple uh units and multiple chapters where students are going to be able to demonstrate how well they are um performing on the standards that are aligned from the state uh state standards. And then we're going to be able to take that data and start analyzing the data so that we know which students need whi what kind of support on which standards. And then we're going to use that data to then address some of those needs in our win time, which is what I need now. Uh which is a tier 2 intervention time that each uh student has the opportunity for. So when are we going to do this? We're going to start in September of 26 and we're going to develop and schedule the benchmark assessments in ELA and math.
Uh is you want Go ahead, Chris. Yeah, so Needless to say, as uh city staff are trying to kind of get our head our heads around the this uh mini grant proposal and finding mechanisms to kind of make it happen, we did uh discover a few funding mechanisms that are tied directly with the public art commission and the Ann Arbor Community Foundation. Uh so those have been attached to your agenda. We did find three of two two of them that I think are are worth noting. Uh and my goal this evening is to kind of explain to you guys some of the things that we we've uncovered uh so that there's transparency and so that we're both on the same page because a lot of this information in some ways will will change the the way we approach the the grant proposal. Uh but needless to say, I'll start with the endowment fund agreement uh and then I'll move to the pass-through fund and lastly um the Jewett chair project, which was a special project fund made for a specific uh purpose, but uh needless to say, let's start with the endowment fund.
All right, so I'd like to next introduce the DEF Advisory Council. My name is Dr. Steven Witzig. I'm the co-chair along with Dr. John Sousa, who's also the co-chair. We have Mike Mattos, who we we recognize. Pedro Casti- Mike's our treasurer. >> [applause] >> We've got Pedro Castanera, who's our secretary. Dr. June Saba Maguire, who's here somewhere, superintendent. Dr. Ross Tibo, who's on a team. Beth Coughlin, our school committee member. >> [applause] >> Deidre Hart. Barbara Cordero. Hadassa Vierra, who's our student member and is on a team this year. And Nate Nate Watson. >> [applause] >> I'd like to introduce We have two judges this year who's going to be make sure that you that you're all spelling the words correctly. We've got Andy Cristofoli, the director of athletics, health and physical education. >> [applause] >> Raise your hand. And we have Ian Flint. Ian Ian Flint, the director of fine arts.
This was not a required policy. It is all mandated by state law. So, it will not change any of our current practices. Um, but we just thought it was important to explicitly note to the um larger community the expectations from the state testing. Thank you.
Um so expanded learning opportunities program extends learning beyond the traditional school hours. We provide a safe, structured, engaging environments for our students so they can explore interest, receive academic support and develop essential life skills. So we have um multiple programs in our expanded learning department. Um the ones that most are most talked about are afterchool programs. We have three different options for afterchool care. Um the first one is our largest program which is our blast program. um that serves all 12 elementary schools, TK through fifth grade. We have our new homework heroes program that does now serve all 12 elementary schools for just first through fifth grade. And then we have a program at our junior highs for just our sixth grade students. Um all programs are grant funded through two different funding sources and all of them are no cost to all families. There's no income requirement, anything like that.
We'll have that done by our six-month target. We'll have four times in ELA, as I said, and three times in math. And then we're going to collect the data and input it into how's school going for parents to access and for teachers to analyze. So if you're not using how's school going yet, there is a QR code on each one of the paper calendars. It's also on our school website where you can get in. You can look at your students attendance. You can look at your students grades. You can look at their assessments. And that's where we're going to start putting some of this data so that we can analyze how are our students doing on these benchmark assessments. that should give us some analytics into what their potential may be for the state assessment and what those scores may look like so that we can start having an impact on those scores.
Um like I said, the goal here is just to make sure that we we all have a shared understanding of what this fund can and what it cannot do. Uh so as the name suggests, this is a designated endowment fund. Uh and what this actually means is that um in practice, the money is held by the foundation, not the city, and the principal stays invested, and only a portion of the annual earnings is available for us. So it's essentially the way we've we've understood it. Um I believe the account currently sits at 178,000, of which $5,000 are um dispersed on an annual basis, depending on the market, of course. Uh and that and those $5,000 is what can be used. Uh but the most important limitation, and this is really what I would like this commission to uh to kind of focus on is that the main key thing to understand is that the purpose of this fund, uh as we've uncovered, is extremely narrow.
Yeah. >> [applause] >> All right. Reminder, everyone should have a yellow ticket for our door prizes. We're going to be awarding door prizes from some of our uh Dartmouth area businesses that have donated these prizes uh in between flights. So, after flight one, after flight two, and the last prize will be awarded right before the championship round. You need to be present to win, and the the the grand prize is uh a Kindle a Paperwhite Kindle. So, that's kind of cool right in time for reading on the beach. Um Yep, so did everyone get a ticket? Raise your hand if you don't have a ticket. We've got some extras and we'll come around and make sure that everyone has a ticket. Yep, thank you, Bess. Yes. All right. Now on to the spelling bee rules. This is a team competition. Each team consists of three members, although I have heard that there might be a few teams that just have two members, so extra work for them.
Ruby members, are there any questions? Oneida, I just want to give you a second to to catch up here. Thank you. >> All right, I will ask again um if there are any questions from committee members about policy 5121. I don't have any. Thank you, Gladys. We're getting some background noise. If you're not speaking, could you please mute yourself, please?
Um our other programs um that are other out of school time programming are before school program. We currently have before school starting ranging about 6:30 a.m. to 7 at 11 of our 15 schools. Next year we will have it at all 15 of our schools. Um we have our inter session uh programs which are our camps. We have four four of our camps which I'll talk a little bit more about. Um and then we have some enrichment groups and that was another special guest we have is one of our teachers from our enrichment group at Citrus tonight. Um these programs are also all no cost to families. So, just this graphic was sent out to families and it is helpful to see the difference between our three elementary programs. They're all free for families, the different grades that can um participate, what time they release.
So, we want to make sure that this is a teamwork and this is a uh all in the same um uh footing going forward. So, when we think about being in the arena this year, we want to really think that it does it's more than just the teachers, it's more than just the students. It's also um the parents, it's the administration, it's the support staff making sure that we're all providing an opportunity for students to be as successful and for us to actually know what they know. Um and so we know any given day and just taking one test on one day does not give us that picture. And so we want to be able to have multiple checkpoints throughout the way to check in on our students and making sure that we are progressing towards where we want them to be by the end of the year.
It specifically is intended for maintenance and preservation of existing public art. Uh it is not structured to fund new projects, and it is not designed to support grant programs. So Chris, the document you're referring to, is it the most recent document cuz we updated it's um what the endowment could be used for a couple years ago. You guys did. Okay, interesting. Uh if Well, what we One thing I'll just These are the documents that we currently have on file. Um now, if this has been updated, then uh I'll I'll kind of um I don't I don't know. >> do you have that that you can share cuz I feel like we've had eyes on it. >> been able to find uh any updates, and currently what So just to kind of uh give you guys an idea of of how this went about, we we uncovered uh these these um agreements, and then we've reached out to to the foundation to kind of get a better sense of making sure that what we have on file matches what they have on file.
Uh four to five teams will compete at a time on the stage in what we call flights. The team members will work together to puzzle out the spelling of each word. Each team has a dry erase board which to write their answer and to review its spelling uh before you show the answer. The competing teams will have 30 seconds to write an answer on their individual dry erase boards. All teams will show their answers at the end of the jingle or when I call time. So, there's a little stand there that you can put your your word on or you can just hold it up, but hold it up long enough so that our judges can can can make sure that you've got the word spelled correctly. All right. Uh we're going to use the first spelling in either the Merriam-Webster's online dictionary or dictionary.com as the correct answer.
