remarks good afternoon it it's with great pride and honor that i congratulate the 2022 inductees to the dodd middle school national junior honor society looking over the characteristics of the national junior honor society i cannot help but reflect on how vital each of these characteristics are needed in today's society we are in the midst of unprecedented times to say the least with the hopefully tail end of a global pandemic an unjust war over the ukraine and significant economic changes today's inductees face many challenges ahead of them the years ahead are uncertain but one can say let's make an impact and define what the end result is going to be through kindness and strong character this year's inductees have embodied the characteristics characteristics of scholarship service to others leadership citizenship and strong character these traits will prove very valuable for human rights for the measurement of success is not the collection of material things but is the manner in which we are remembered by others this ceremony is only one milestone on your path to success let this induction spark your drive to further develop the principles of the national junior honor society strive towards academic success in all environments whether they may be in person or remote reach out to support others in times of need and listen to those who may just need to be heard demonstrate good character and citizenship by participating in conversations or taking action for your beliefs finally use your talents to lead in a manner that brings people together and does not look to separate for any reason as you continue to develop these traits there will be no limit to what you can achieve not only in school but in life congratulations again to all of you our inductees and their families on this impressive accomplishment [Applause] we would also like to extend our appreciation to the faculty and staff who are instrumental in the preparation and presentation of this ceremony mrs laurie braun mr dominguez rivas mr patrick cruz and mr mike selene and finally welcome parents grandparents relatives and friends here in person or viewing virtually we're here to acknowledge the accomplishments of this year's inductees to the national honor society on behalf of the administration faculty and staff congratulations to you the inductees this afternoon's program is to recognize your scholastic and personal achievements [Applause] so the national honor association determines the qualifications and selection process for the national junior honor society the candidates need to earn a 4.0 gpa or higher after the four marking periods of seventh grade the list of candidates was reviewed by a faculty panel for the qualities of leadership scholarship citizenship character and service each candidate provided a list of his or her community involvement various activities and service commitments from the past two years this year the members of njhs here at dodd have participated in various community service projects both individually and in groups it was wonderful to see the different interests that these students had one group raised money for where the love is an animal shelter in hampton another group collected school supplies for the hampton school supply closet and upcoming projects include a food drive for the cheshire food pantry and a toiletry drive for women in need today a few student groups will share their projects with you we'd like to welcome suchita srinivasan nina moutinho grace yang and ashley pang to discuss their service project so you can get a small glimpse of their success and hard work you guys can come on [Applause] our project involves donations of books to new haven experience a local nonprofit organization founded in 2001 the organization aims to give back to the community and inspire they have donated over 2 million books in the time since along with tutoring almost 300 children here today they continue to send us to children and families to build a love for literacy and for their community around them starting in 2001 christina founded the cookbooks initiative in 2008 the kindergarten at open due to community today four years later nhr hosted its first senior spelling bee raising over two hundred thousand dollars finally in 2017 nhr celebrates 15 years with a ceremony presented by commander tony our book drive will be held from march 28 through april 1st students can bring donations ranging from children's books to adult books these donations can be deposited in the blue blue bins which will be located in team hallways we started a planner project in november our process consists of various steps such as organizing project details creating posters locating our collection boxes and finally posting our book drive which will occur next week [Applause] during the process of our project our group learn the fundamental skill of collaboration specifically for communication despite the pre-existing relationships within our group we learned quickly that friendships don't guarantee communication between team members we were all eager to come up with an idea put it into action but it was the communication between those stages where we struggled it could be said that texting is not the world's most efficient form of communication but through perseverance and holding a common goal we were able to effectively communicate and share ideas in the building of our project thank you [Music] okay next we welcome charlotte goudelier and delaney van nuy to discuss their project and what they've learned [Applause] good afternoon i'm charlotte boudilier and i'm delaney benvenuti this year we have the opportunity to better help the community for our service project we decided to host a teddy bear we donated the stuffed animals we collected to the connecticut children's medical center the reason we did this project is that some kids in the hospital won't receive gifts for christmas we wanted to give those kids a joy of receiving a gift just like we do giving is not just about making a donation it is about making a difference is in quote by kathy calvin ceo and president of the united nations foundation we believe that we made a difference and gave these kids hope this project benefited the families of sick children because they might not want they might not have been able to afford gifts because of the cost of medical bills we learned that others lives aren't as fortunate as ours one of the pillars of njhs that this embodies in our opinion is leadership we took control of the project and completed it entirely on our own we received some assistance from miss kylie who assisted us in pitching the concept to mr woods and getting things started we did however hang all of the posters and came up with the idea we also packed and delivered to a ccmc warehouse leadership in our opinion is the most appropriate pillar to be expressed the effort being put into this project and a special thanks to my dad who delivered the teddy bears for us so we also had a couple of project projects that supported don the dodd community itself so catherine kyle is going to discuss her project to support the dog drama program [Applause] hi thank you all for coming my name is catherine kyle and i held the drama drive here at dodd um thanks to my history teacher mr connolly for giving me the idea of the name um so on friday march 11th the school participated in a drama drive where they wore pajamas and brought in monetary donations to to support the drama program here at thought we raised over 150 dollars for future shows here at dub i was very lucky to be the cook in the play matilda jr here um just this past weekend and it was an amazing experience the cast was great and some of them are here [Music] and um the teachers and the staff that helped put it together were even more amazing shanley mr renti um miss golden all the other staff that let us do it um so i knew that due to covid um we were short on funds and i wanted to make sure that it never happened again because that was such an amazing experience and i wanted it to go on for years to come so i decided to help [Music] by doing this pajama job so thank you okay and finally we like to do a project as a whole group so something we can tackle all together and so we brainstorm different ideas and the group a very large group voted on improving the atmosphere in the dodd bathrooms so that was that was what they all voted on so ella credo is going to come up and discuss what the group has done so far to tackle this project you'll see we have a long way to go but they've done some really great work so far [Applause] hi i'm ella and i'm part of the national junior honor society recently at god we started a project preparing for the fact this project consists of remodeling slash adding modifications to the bathrooms that will make them more appealing and make them better benefit our community easier one modification we plan on doing is making the bathrooms more welcoming welcoming to the students our ideas include adding more color by putting on motivational posters and decorations another thing we plan on adding contributes to the poster idea we plan on putting up the rules and expectations expectations on the wall and poster form to help encourage respectful behavior we would also like to promote positive behavior not only through posters but on spartan lives this is a broadcasting video we do here at god every morning that tells you announcements gives you reminders and lets you know about the different activities that are going on [Music] the students in njhs have created shopping lists and amazon shopping list on amazon created design plans and made an inventory of what needs to be fixed here at dodd to improve the baskets since this is not an overnight project for the remainder of the year we will be executing these plans and the future njhs students can also continue on with the improvements thank you everybody and we are confident that this stellar group of students will continue to add to this list of services and accomplishments in the future we will now begin the candle lighting ceremony together knowledge and truth provide the initial spark for the five pillars of the national honor society scholarship thank you and just a welcome good evening ladies and gentlemen of the board and community members after doing some research i found that clathrin has 118 students 7 through 12 and wilson has 67. in these classes 28 is the highest amount of students per class at class 1 to wilson's 23.
our equalization aid number the money we will receive is 20 360 20 million 366 000 the difference between our expected local fair share and the proposed local fair share equals out to zero the difference between our expected equalization aid and our real equalization need is three million three hundred twenty seven thousand uh i'm sorry yeah three million three hundred and twenty seven thousand two hundred fifteen which means that we're still underfunded but we're closing that gap um the structure of the pilot payments is the result of a negotiation between the developer and the municipality only municipalities and counties are entitled to collect their respective portions of pilot payments the municipality collects 95 percent and the county collects 5 school districts are not legally entitled entitled to share in these payments we do have additional pilots coming into the district and we believe this is an area of concern our tax history as you can see going through the years our average tax levy increase per year which is the bottom figure highlighted in blue is a negative point eight two percent our five-year tax increase is only that number so this year we reduce the debt service tax to offset the general fund increase so here's the things that we are putting or proposing to put into our budget for the 22-23 school year um first of all they must be aligned to our strategic planning goals these five goals here are what we align all of our initiatives um and decision making into the first one is cultural responsiveness the second is consistency the third is academic achievement the fourth is family and community engagement and the fifth would be social emotional and mental health so what we intend to do um our services to students will remain the same this has not changed for the past several years first of all we look to improve our academic and instructional programs we look to decrease student-teacher ratios we look to continue our curricular transformations and updates we're increasing our health and safety measures we're continuing our social and emotional programs we're continuing to expand our mental wellness program we're continuing our in-district counseling model with clinical counselors and we're going to be adopting this year a new math curriculum for grades k-8 all of our curriculum runs on about a five-year cycle so we um continually are looking at new programs and adoptions every roughly five years we are going to continue to increase our instructional instructional capacity um we're going to continue the district status as a high performing district we're going to continue implementing procedures and policies to support the instruction we're going to continue our early reading intervention program um we're increasing the support that we have for student learning loss and we're expanding our summer school programs we're hoping through passing this budget that we'll be able to maintain the following on the extended school program for grades one through eight that's our after school program we also have a summer school reading program for grades k and one and we have additional staffing due to student growth so our class size we are considered a high poverty district we run at about a 73 free and reduced lunch rate so class sizes in school districts in which 40 or more of the students are at risk as defined as 260 shall not exceed 21 students in grades kindergarten for grade 3 and 23 students in grades four and five and 24 students in grades six through 12.

we during second quarter our girls did end up facing third place so we're super excited about that and they were as well third quarter sports for boys soccer we had 18 total athletes for girls basketball by 23. for wrestling we had 18 and cheerleading had five with a total of 64 total athletes participating in third quarter sports we were really really really excited if you've been here at continental for very long at all you'll know that emily gray which is up in tanker brittany normally dominates in basketball and volleyball and we were able to be undefeated with a record of 9-0 on the season and we beat them not just once but twice in the championship game uh our girls we're really excited to look at the score it's 40 to 7.
and so trying to make sure that we're preparing students for it's okay to ask questions it's okay what are the skills that are going to help you be nimble and adaptive and to be able to navigate that i think part of this also is high schools have done a better job of informing students that there isn't one pathway and that there's multiple ways of going and impressing on students that okay for the rest of your life you're going to have to do two things to keep yourself gainfully employed work and learn right and those two things don't it don't always occur in in the order of learn than work you know and they can happen at the same time and it might be you know you work for a while and your employer then sends you back to learn right so there's a lot of different ways and you know armed forces play into that and gap years play into and there's all of these different pathways and i i know the board has seen us through attainable futures in a lot of different ways show students that there is no one way for any person to go everybody's path is unique and you're kind of seeing the work in high schools across the country talking about that for the last decade and you're also seeing a huge impact of the pandemic on that as well our tcd enrollment it's going up skyrocketing is growing up right yes as a reminder um how how many of our students go on to college as a percentage thereabouts i don't know i don't know i don't know that's the top of my head what it is 50 over under oh over 50.
so to some that may sound like a healthy reserve uh but not necessarily to reach our goal of having a 20 20 fund balance we need to have approximately 51 million dollars in our reserves the good news is we're just about halfway there to meeting that goal and that we are projected a balanced budget moving forward that includes all the things that i just mentioned earlier and during this time we will also be adding to our reserves to eventually meet that 20 goal so are we financially secure the answer is not yet have we put our district on a path that will will get us to be financially secure the answer is yes the evidence-based funding formula that was adopted by the state five years ago along with what we have done as a district have uh has created a much brighter financial future for district 308 so as long as the uh sc the evidence-based funding formula and the state continues to fund that which create which was created to help level the academic and financial field for school districts like 308 with the five-year projections that dr petsky has put together this will allow us to eventually reach our financial goals i'm very pleased to be able to share what i just did and i'm even more pleased to have dr petsky present those five-year projections in the very near future to the board of education so that's my report for this evening thank you very much thank you 6.4 student ambassador reports uh thank you uh colton and i have a lot to cover today regarding the specifics of the second student survey that we administered um since our last board meeting the student advisory committee along with dr waller dr sparlin mr gatewood mr grays and mrs benkowski met to discuss and divulge into the data received by the students from our second student survey there were a couple of key statistics and i guess conclusions that we made that we received from our students that we wanted to talk about today um first of all 94 of those who took the survey believed they could identify sexual harassment and on the contrary only 77 of survey responders believed that their peers could identify sexual harassment we discussed that this could lead to student-to-student interactions and relationships and perceptions that create an unsafe feeling in learning environments another important conclusion we derived from the survey was that the majority of students could identify very intentional acts of sexual harassment but only around half of the students could consistently identify more hidden forms of sexual harassment such as repeating messages after someone has received a negative response or repeatedly asking for a phone number after receiving a negative response and more we discussed that this may be related to how forms of sexual harassment students learned growing up were very explicit and obvious while subtle forms of sexual harassment weren't discussed as frequently 73 of individuals said that enough information on sexual harassment was not available to them and we were able to have discussions on programs such as mutual grounds that relate to this statistic oftentimes external sources are used to teach high school students about sexual harassment and sexual assault but how to report sexual harassment in the student's school and who to report it to isn't very prominent which causes the gap in trust from students to their schools to become even more prominent even more present the majority of students had never reported sexual harassment only 67 percent of students felt safe reporting sexual harassment and 665 individuals said they did not know how to report sexual harassment 52 of students said they did not think the school addresses sexual harassment properly and most people have not experienced sexual assault or harassment though many indicated that they had mostly observed it on social media in the hallways and some had also commented that they'd seen it in the locker rooms as well finally the majority of people were able to identify that sexual harassment impacted survivors through anxiety depression hard time communicating their feelings and low self-esteem as well as anxiety from social media but students were less likely to identify that sexual harassment impacted people through eating disorders substance abuse and relationships or friendships which are also causes or actually i should say effects of sexual harassment yeah and so i'll turn some of those percentages into numbers and minds so we recognize that over 1500 students uh felt that there is a lack of education on sexual harassment in our schools and that a sizable amount of students over 350 did not feel safe reporting instances to staff members and over 660 students didn't even know how uh now in our initial discussion we brought up the fact that amongst the student body there is a sentiment that nothing is done or things just get worse for the victim uh we we see in here that every day and over a thousand students answered that way on the survey several committee members did bring up the point that the sentiment is caused by students not being aware of policies of the district when it comes to addressing this behavior we understand the obvious and necessary need for confidentiality on a case basis but also could not ignore the fact that this lack of awareness is potentially causing survivors or witnesses to not report instances of sexual harassment because of fear of nothing will nothing will happen i would also like to add that in questioning one or where sexual harassment was being witnessed the major places were in areas either not under school adult supervision supervision such as social media or we're in places uh either not on i excuse me where many students navigate through like hallways where their staff members really don't have the ability to constantly monitor everything and everyone we also were able to share that many believe that the students must perceive the structure of protection from sexual harassment in our schools to feel safe and that should be felt that the survivor is the number one priority in any situation and has no incidence of blaming through research using wipar the student advisory committee cited from a study that students were more likely to face a larger amount of trauma from one instance of sexual sexual harassment than multiple instances of bullying moving forward transparency is key to addressing student concerns present in the results from the survey not only motivates action by students to report any acts of sexual harassment to a trusted adult knowing that it's going to be taken seriously but it also creates a safe learning environment where students can focus on education rather than being exposed to sexual harassment in any manner it has no place in our schools and we hope through the dedication from administration our committee and dr waller to address this students understand we feel the same way and working towards change awesome phenomenal work yeah very cool and yeah very very well said you know we have our we have our data our student data now um we have the research that was done by the students by the committee uh we have some recommendations we're now bringing more adults into the conversation as we put together a comprehensive plan for the 22-23 school year in regards to sexual harassment we're looking at the scope and sequence of the curriculum when it's taught how it's taught where the and where the gaps are and then once we have that full plan what uh dr waller and dr pajasik are putting some good time out of time in right now we're going to bring it back to the student committee to share with them what our what our plan is moving forward so we can get their feedback on the final on the final plan so it's been a great committee a lot of hard-working people and the students have been absolutely incredible to work with incredible and i just want to echo that that not we should be very very proud of not only colton and anya but the the committee they're super engaged super intelligent um they they i wish you guys could be in the room dr sparlin and i just looked at each other because we don't even have to say much that the way that they aggregate the data the way that they draw conclusions based on what they have it's just a phenomenal committee to be a part of you guys are doing a phenomenal job so we thank you for that thank you incredibly courageous too to be the voice of so many students and understand that you are now speaking for people that didn't feel like they had a voice before so thank you to the both of you and to the committee and to the administrators that are are supporting you great great job all right uh item 7.1 is a comprehensive update on our district 308 strategic uh plan in vision 308 tonight we have many people here to share a success in accomplishing everything that's been outlined for the 21-22 school year as we all know there are four quadrants to envision 308 student learning support for student learning finance and facilities and community partnerships faith allquist associate superintendent is going to start us off faith thanks so much as dr sparlin said there are four quadrants in areas of envision 308 but we've recently provided updates for the finance and facilities portions and also community partnerships so rather than rehash all of that which we had just done we'll just be focusing tonight on student learning and support for student learning all of the slides there are part of the process though so that when they are posted for our community they can see all of the progress at once i do have cast of thousands today so there will be people rotating through so i'd ask as you talk for the first time if you've introduced yourself and we're going to start off with student learning with shannon and lindsey good evening my name is lindsay allen i'm the director of elementary education in regards to student learning you can see that throughout this school year we have completed our first rounds of classroom walkthroughs focusing in on the literacy and math frameworks and looking at best instructional practices in the classroom we are almost done with our second round so we're very excited about that we've seen a lot of great things happening in our buildings you can also see that we've held many trainings not only for our building administrators but our instructional coaches and all of our staff members multiple dates in regards to the literacy and math frameworks we'll continue that through the rest of this year and also into next year and then finally there was a staff survey that was put out in february and we're very excited to be able to look at that data and find out what our staff believes their professional development needs are going forward shannon looters director of junior high education as lindsay said we have held numerous trainings for our building level administrators in both the literacy and math frameworks and we will continue that through next year as well we do have the two secondary instructional coaches and since late september they have every monday morning sent weekly tips about the literacy and math frameworks respectively out to the entire departments for math and ela and those have been very well received by our teachers and then as you know we have piloted a new math resource and we'll be bringing that back to you in early april good evening i'm heidi pajasik i'm the director of social emotional learning we have done quite a few things since i met with you and spoke with you in january about our sel framework but we have fully implemented our updated curriculum resources in grades kindergarten through eighth grade and in fact recently completed some training on the institute day for early childhood teachers on social emotional learning standards and the second step in inter-explorer curriculums we have common behavioral expectations that are in their final stages of being created for all of our schools we continue to implement lessons at the high school level and continue to learn more about tier one sel instruction and tier 1 scl instructional needs of our high school students we are continuing to review our discipline data and train various administrative groups on use of that data and not only have our district restorative practices leadership team members been identified but we have participated in a full two-day training with the international institute of restorative practice on restorative practices for educators and we'll begin our work in earnest internally in april we've also been working on expanding our opportunities for students to have choice and challenge on different differentiation and personalization to their interests and their needs some of the highlights there is the literacy framework where we are having our students have daily choice and time and what they are reading and practicing their literacy skills also it's part of our math framework that we have differentiation in small group time at k-8 level then most recently we've surveyed our high school students on their level of satisfaction with the amount of challenge and choice that they're getting and we'll be incorporating some of that feedback in our future planning as well so the work aligned to division 308 at the high school has been focused on creativity real world problems and career paths as we've talked before we will be introducing new graduation requirements for the incoming class of 2023 built around flexibility especially in the area of electives the new courses that we will be implementing in the 2023 school year really either fill out a four-year sequence based on a career area of study or some creative outlets the four courses that we will be implementing is the project lead the way cyber security calculus three theater directing two and advanced stance and then the work that we've done on college and career pathway endorsements focus on professional learning career focused instructional sequencing and academic readiness so this year we were able to complete the academic readiness we have transitional english and math dual credit english and math and ap english and math also thank you we're also working on preparing our students for post-secondary life for financial and digital literacy if you recall the social studies presentation for elementary that financial literacy is a piece of that and then our junior highs have been working with that and the high school social studies committee is also looking at how do we incorporate the financial literacy standards for when we adopt new courses and materials there at six through eight we have been working on that digital literacy piece uh and what that looks like and as we develop all other courses we look at the digital literacy piece of all of our content areas we believe that it is best incorporated in there as not only just a stand-alone class the next piece is talking about our k-8 assessments on our goal this year was to have a new program that gave us actionable data that actually used less time than our previous system and i'm happy to say that that has happened and along with this we've started a district instructional team to model the use of data district-wide by desegregating it into different groups looking at how it falls with different demographics and seeing how that then can be shared out with our schools so we're really happy also that our new system has a way of giving us a reading level for our students in grades two through eight and that is a key part of our literacy framework good evening i am jadon waller i am the director of diversity equity inclusion and family engagement um and so earlier this school year the equity statements were finalized and put into this amazing formal format um in which since then we have um worked together with administrators and i've provided professional development for um principals and assistant principals um and then they then took it a step further and then they begin to have conversations around the equity statements with different scenarios attached to it the work that we've been focusing on is our ability to recognize inequities and then respond effectively most importantly by validating but then being able to open the floor for conversation and dialogue with our community and so in addition to that we have worked with the student ambassadors who have already shined tonight but that work with the student ambassadors has truly been an empowering journey for all of us and them and their ability to just articulate and truly understand the needs of all of our students has been life-changing so i'm super excited to see the work that we are able to continue to do with them um in addition to that um i was able to re-establish the dei committee that was previously in in position and so throughout that dei committee we have developed sub-committees from there where there's a focus group on communities and and family engagement there's a focus group that is working with our students in which we have created a student dei committee with high schoolers for now and i am slowly creeping into junior high but that group has worked very very hard to put together our event that's coming up on april 7th at oswego high school 7 p.m to 8 30 p.m it is called amplify um and so having reestablished that dei committee and been able to have important conversations about our work within the community and our work within the district and where we want to go has truly been a nice step forward and when we have our next meeting actually the student di committee will join our adult dei committee so they can actually have a collaboration and learn from each other and so furthermore with that i actually um was thinking that i am just going crazy but i um since january 10th have done over 35 professional development with various groups throughout the district um whether it be with students i was able to teach fifth grade at both grand park and southbury that was exciting i am a high school english teacher formally in addition i've had just an awesome time having professional developments with principals assistant principals our special education department dean social workers so it's been quite the exciting journey to truly come together and understand that equity means love and so finally i know that the policy committee has spoken on this but we have been working closely to address the dress code policy in an effort to make it more inclusive and culturally relevant for all of our students thank you oh it's me again i'm so sorry so in addition to this and i know ken will take uh take the reins um after myself so the dei student committee actually took this amazing picture where they had these big glasses oversized because we were learning about perspectives um and so we utilized that um picture of this diverse group of students and created um a flyer in which we took down illinois state um and they went to north central um to really have this vision of who we are overall and that we are culturally diverse and and culturally responsive and that's who we are looking for and so i've been able to work closely with um nancy mendes who is our recruitment specialist and so we've been looking at postings and what we are including and with the um recruitment team committee that we have we have been looking at the questions that we're asking so that we can make sure that who we bring to the table is someone who um is open and ready um to address and engage in a culturally responsive environment ken miller executive director of hr and this work that dr waller is mentioning is absolutely critical because if our goal is to have our teachers and administrators mirror the demographics of those bachelors and master's degrees that are issued each year by illinois institutions of higher education we've got we've got a little bit of work we still need to get done and to get there we're really focusing like dr waller said on a two-way approach of both raising our visibility through community outreach events like job fairs and the open interview process that's been very successful and also working through committees to be able to eliminate some of the barriers that might be standing in the way of support staff achieving their goals to become teachers or that might be causing promising candidates to be able to look elsewhere as well that are already within our ranks all right so um we are currently at the end of implementing signs of suicide as a program consistently across all of our junior high schools we have started to receive data from alyssa's mission who is our provider for that program indicating the number of students and i'm excited that we have a number of students that we have been able to connect to brand new resources within the community and get them services and supports that they were not receiving prior to the program we have continued to establish and nurture relationships with a variety of local organizations for student options and that list has been linked for you in a prior presentation but we have a variety of different business partnerships for our students who are in the pathways program and working we have a lot of community partnerships for social services and support for our families and then are also building our network of higher education partnerships in order to provide a variety of different resources one of our most beneficial higher education partnerships is with the school of social work at aurora university not only for interns but also for opportunities for students so we currently have a student leadership group that's been established is being run by a school community resource collaborative intern who is introducing the students not only to their own skills and advocacy in order to support mental health within the community but also introduce them to the career of future pathway of social work we have completed the illinois youth survey with our eighth graders and that data once that window closes after may we will receive that data as a district and be able to begin desegregating that and looking for trends and information about the behaviors and things that our students are exhibit are reporting that they are engaged in in school and outside of school the supports that they have in school and outside of school and then most importantly reach out to some of our community partners for different funding and programs that come with um participation in that survey and i can let vale speak thank you valerie patterson executive director of student services so the area that i have invested here is the um the alice which the acronym is alert lock down inform counter and evaluate the instructors that we have are administrators at each building who are trained in that response um the training has undergone a lot of shifts and we're now working with navigate 360 which is the vendor that replaces alice institute so we've got this year we were developing materials for post crisis post evacuation procedures um that was a a really dac team effort i'm really proud of that work and there's a lot about that that's going to be very supportive for our administrative teams we do need to be sure that our alice instructors are properly certified so that process has changed and prior to the end of this school year the alice instructors that are still remaining in the district will be um preemptively recertified by our department working together with navigate 360.
january 31st okay any reason not to continue it well it's just if we're not really partnering and sending students to the program you know at some point i'm i'm providing advice but don't really at some point in the future we ever look to expand partnerships north and south then we would just look to rejoin so you're what are you recommending are you recommending we do or don't i'm recommending that we would renew it and then i would give them notification okay that this would be the final year for participation thank you handful yes nolan yes canara yes rabe yes a thief yes yes gorman yes we want the information items our instructional coaches are here with the presentation [Music] good evening hello hello i have to go a little lower here sorry maybe not vertically challenged [Laughter] be careful all right i'm gayle stower and this is stacy niemick and reagan excuse me you guys don't get along at all don't spend any time together none at all not at all introduce yourself next time sorry all right so we want to give you a little overview on what um we've done for the year um so just to let you know there are nine of us and we thought we'd um give you a little picture of who they are because obviously we're just two of the nine so left to right we've got vince and rachel and erica kim myself leah stacy dave's in the back and michael has taken a knee there so between us we're at the high school there's two people dedicated to the high school two from the middle school four of us at the elementary and then dave is more of a special ed um instructional coach and he's definitely from kindergarten early ed all the way through high school um so that's been a great asset it was funny as we were putting this together i'm like how many years has everybody been in education um we came up with over 160 years that um combined that we haven't teaching experience so that was kind of crazy and i didn't bring the bulk of them either just so you know we're tired even though i'm the old one but whatever so um we start our year out with new teacher training this year was a two-day event in august the fourth and fifth where we had our new teachers come as well as our mentors but what we do is we introduce them to district 301 and obviously were nine buildings but we want our people to know where we are so last spring we went ahead and we did a video um of going between school to school to try and get them ideas the distance that we serve and just give them a little bit of flavor about our different buildings that we have so we went to all the elementaries both middle schools the high school came to the district office so that was really fun so we fast forwarded it to see so they could get a taste of central because it's just not your building that you're hired in it's we are a community we are a k-12 system and i we strongly believe that everybody is stronger because of how we work together it's not one building alone as each building builds on each other but during that new teacher training we focus on lesson design and one of the pieces this year that we really took a look at was our learning targets understanding what they are and why they're important that our new teachers worked on that to know that they tied right back into our state standards that need to be taught every day and so if you don't have a road map you don't know where you're going it makes your day a little difficult so the learning targets really kind of clear that up we also met with our mentors and our new proteges and went through a canvas build and we realized that this is just kind of a step in the water to get an idea of how we deliver our online content to our students we also talked about kind of some do's and don'ts a professional responsibility of setting boundaries boundaries and communication with parents and being careful just hand out your cell phone and kind of the do's and don'ts of that and then we wrapped up our sessions with breakout sessions where they got to choose two or three i believe it was between the items there we had engagement strategies they could have taken removing late removing labels excuse me the five w's of differentiation for ell and sped using math in focus tools oda's near pod the 4cs and google slides we video and podcasting so we give them a lot of information and those breakout sessions they were able to choose what they were interested in in addition um during that program what we do with our mentor protege program not only do we do those first two days but then we meet monthly and we have kind of a theme meeting it might be on [Music] formative assessments it might be on strategies of engagements so each month we have a different theme that we run at the elementary protege and we do it at the middle school high school as well they were given a handbook that's both physical and digital so they kind of had one spot to go to and you can see um we built we again it's the pyramid of with our four elementaries at the base we build from there to go to the middle school to get to the high school so we're all in this together and that's that's really what we try to make sure people understand how's the engagement from your mentees with our new teachers to the district as far as how they pull on their mentors maybe or utilize them for different expertise oh absolutely um in a mentor um is somebody that they can go to but of course they've got their teammates as well the person across the hallway so very much so thank you very much so um this is kind of a menu and stacy will go into it a little bit later on when we do more of the website but just some things that what we do is we help our teachers plan we can do some co-teaching with them we help them go through the standards and unpack them so then when they've unpacked them and truly understand the standard then we can go ahead and work on those learning targets and and it's it makes things a little clearer and our goal is to work hand in hand with them not only just our new teachers but all teachers within our district we work with technology that was something that with the canvas and otis and nearpod we help with trainings for that as well and we have coaching cycles so each one of our proteges we require them to do a coaching cycle with us it looks very different from one grade to the other and what that looks like and we really go to the project and say what is it that we can support you in so not every project is going to get the same thing it's what they need and what they feel would work best for them and then stace is going to talk a little bit about the professional development so every year we review our professional development that we offer our teachers and refine it and look to see what new opportunities we can offer our teachers and i think the pandemic showed us that what we thought was once impossible is now possible and so we wanted to try and capture that momentum for some of our professional development one of our pd's that we started last year and are currently offering is something called a spark box it's sort of like the subscription boxes to fab fit fun that you see on that that people can buy and this year we did change it a little bit each quarter teachers can sign up for a spark box and the first spark box we did sel skills we did a second one on an instructional strategy called hexagonal thinking a third one on background knowledge placemats and then this fourth quarter we just asked for registrations and that one is going to be a formative assessment strategy the interesting thing with the spark box we kind of have repeat customers because once they do it they really like it because they're getting something that is immediate and tangible and that they can use in the in the classroom we have had 43 registrations for spark boxes with 19 completions the other thing that i really like about the spark box is that it involves the teachers inviting an instructional coach into the classroom to work with them on that strategy and then to observe the strategy and provide feedback so there's a really nice reflection activity that takes place with that pd and your pjs was our new one this year and um of course um being us we came to esther with um 28 different sessions we wanted to offer and she said slow your roll so we ended up with this as our um as our catalog for this year and pd or pjs is exactly what it would um suggest that teachers can be at home in their pajamas and we log on using a google meet link and provide an hour of pd for our teachers we have had success with this this year it is challenging for a lot of our teachers who have young children or who are coaching to be able to participate in pd that happens after school and so this is a great opportunity for them to do that and you can kind of take a look and see at some of the different sessions we've offered we just have one more left called reflective practices for the teacher rocket readers was our first ever book study and again delivered through a google meet at night and this was actually led by kim paulus she read this book and really felt that it would be such a great topic for our teachers to participate in i helped her with it and was at the evening sessions there were five evening sessions coach led we had a total of 96 registrations for this book talk and we had 42 completions and on average we had 15 to 17 participants per session i believe this book was our mentor protege gift last year at the end of the year and so we kind of wanted to continue that discussion and then we still have our online pd i think this was the first pd that the instructional coaching group actually offered for the district uh we continue to refine it we've gotten a little bit smarter about how we can handle all of this and so this year we are only offering four classes first semester and then four different ones second semester and then we will have offerings for the summer as well uh 74 registration so far this year and making questions count is a required course for all our new teachers um i it says 19 completions but i think that might be a little bit more by now so our pd program evaluation this year has really stepped up um lindsey sharp our 612 curriculum coordinator and shane burkmeyer our ec 5 coordinator are actually doing a really robust job at tracking how we are aligning our professional standards to find gaps in what we are offering to teachers um and so we're really doing a better job this year of continuing to track those participants and then to see where those gaps are so that we can try to fill those in and offer those things for our teachers and then we always survey the staff at the end of the year to see where where they are and i believe that survey is going out this week sometime and then we just threw in a few little blurbs about what teachers say because we always ask them for for feedback so we wanted to include that now gail is on okay so based on the participation i should say the completion is that what you expected because obviously we're seeing that there's a lot of people that are yeah um yes i think that completion is actually probably higher than what i would have expected the online pd is more robust and it is on their own it's you know on demand professional development and those courses are anywhere from three to five hours and so that does take them a little bit longer to you know pluck through but um i would say i am overall happy with the results we are getting um right now so professional development is mandatory correct for teachers to take um yes for re-certification for their um licensure not in district right so none of the pd that we offer is mandatory except we we make our new teachers take one online course the new teacher so were you anticipating more people yes in fact we just sent out the spark box quarter four um sign up and it's it's a pretty long list voluntary there's definitely an interest yeah so that is what gives me um you know hope and wants me to continue to pursue different avenues to meet teachers needs yeah sure yeah and like do you use the survey information to come up with the topics for you that's kind of how we came up with pd and your pjs this year because there were some areas that we weren't hitting and if we were hitting they were at times that might not have been conducive for all of our teachers so for example otis and byoc um which is now embark is our curriculum builder platform and then otis is our assessment platform well not all teachers might have been available after school for help because they're coaching or need to get home to see um you know to attend to children and so we thought let's give it a shot and try to offer something from you know seven to eight hour and um the people who have taken those um pd or pj uh courses have actually really liked and have given us positive feedback and then what it does is that gives us the opportunity to go into the classroom to take it further so it's just sometimes to really take another run at it look at it and then have that more one-on-one because they're pretty in-depth you're not gonna know everything about it in one hour so this just gives that opportunity to grow that so r.o.e stole our idea for spark box and she does one too now let's just say it so i had mentioned that we do a website um and a newsletter so this is just examples the one on the left of the gray is our newsletter so they've been going out about a month every other month type of thing so it's just a variety of information pd upcoming pd [Music] tips and things about otis that might be about near pod so various ideas we let the new the newbies uh do it that's right yeah that's right and then the coaching hub is our website so we've had a website um we had one together we broke it apart high school middle school had one separate from elementary but then we would see a lot of repeats so um i know you guys all get a lot of emails we get a lot of emails too and it's like where did i find that where is that information so that's this is trying to pull everything together like a one-stop shop is basically the idea behind um the uh website so they're they're they're pretty inventive and and really pleasant to look at i think so yeah notice that it's all matchy-matchy well and it's rocket blue so that would be the important thing yeah and that's good all right um in addition to um things that we do here we do um have an opportunity to be presenters outside and represent central um in various different conferences several of us presented at the rsac which is the raising student achievement it was held in [Music] schaumburg okay we've also done ideacon we presented at king county institute west aurora had us in we did power of you illinois education technology conference down in springfield mike and i and leah and kim have presented there for three or four years mike usually does illinois state and then lee and i presented up in wisconsin at a google conference for midwest summit so not only do we go to these and learn information but many times when we go then it's a free conference that we go to to find information so but very much do we represent central um as well and then this is just kind of like a mashup of different pd and activities that have gone on in the classroom so just to show that we're out and about and do many many different things with our students as well as our adults this represents this year as you can imagine if you look at over time they've done things for students as well they use dumb days sometimes they had a stem activity for a couple days a couple years ago before covert had they were part of foundation presentation for some of the stem activities of students last year before summer they are definitely the extension of curriculum and assessment for the district that goes out into the buildings to make sure that we're moving the needle and continue to support our teachers um in the field and so they definitely do a great job for district 301 and worth their their weight in gold so we appreciate all that they do so definitely a huge advantage for us here in the district because what number of year is this because it started this is eight yeah so vince and i and mike um started eight years ago and stace came seven and we've added from that so but one of the things i want to add is not only do um you know this is a great program but what we get to see is instructional coaches that our teachers are doing that are so phenomenal that we can go from one school especially i can speak to the elementary you know we're in all four buildings our elementary coaches we're not housed in one building because i come from one building and see this great idea and i'm able to take it to another building and say hey we've seen this and so our teachers are sharing and it's just i'm blown away with what our teachers are doing are doing the wonderful things are that are happening especially in the environment that we've lived in the last two years so shout out to them because this is um we get to do this stuff for them but they are really um really doing a great job so thank you for giving us that opportunity content seems good thank you thank you thank you right next we're going to recognize our illinois state scholars so um this year we had 49 state scholars out of 302 seniors they represent the top ten percent of all high school illinois high school seniors um and in their junior they were either in the top one half of their high school class or um they scored above the 95th percentile on the s.a.t so i think that's something that great achievement on their part many of them many of these students are not only achieving academically but also active and activities and athletics as well and some of these some of these students you'll see probably come forward again um related to the wise team and math competitions and things like that that we typically see around april april and may so congratulations to them all right next we have an enrollment update uh the enrollment update is from march 15th and it shows where we're at as a district and it shows that we're up 343 students from this point last year okay then next year's schedule 22-23 so i gave you a little um just a copy of options so you can look at a schedule um at your seat a couple reasons we really want to go here one of the things we continue to hear from teaching staff is they need time they need time together time to collaborate time to to work at the high school that's really difficult uh with their current schedule current schedule they get in at 7 o'clock 7 15 students arrive and then they're mixed up in between classes doing their sectioning or planning and don't always have that time to really collaborate we did have the early release time that we gave them at the board approved several years ago that allowed them time once a week on museum monday or tuesday depending on when the first day of school was the challenge was that we have students in the commons area there's a lot of kids that are left behind as we're waiting for the buses to come and it's just become problematic uh it's really not a safe environment some fights have broke out this year we just from the administration standpoint it would be much more beneficial for them to be able to work with teachers they really can't get to them because they're trying to man that group of students that have to stay behind while they're waiting for busing so early release wasn't working so as we were talking and trying to figure out a way to accommodate what our teachers really needed and not to try to lose too much for our students kind of that win-win situation we're able to develop a schedule that allows our teachers to have a common plan in the morning so when they would come in the morning they'd come in at seven around 7 10 they'd go to plan plan for about 40 minutes it still gives me another about 10 minutes or so as students are coming to get to their classroom the plan time is their plan time but my guess is as they begin to work with their partner in english one or whatever course they're working with there could be some collaboration there um as teachers have needed so that provides that time for them to do that the other thing that we laid in was academic advisory and in the memo you'll see that's in there i said second period that second period for our teaching staff first period for our students so pure students would start about 45 minutes later that also matches the research that's out there regarding high school students trying to start a little bit later uh they wouldn't come to school until 7 45 almost 8 o'clock which is better for them than what they've been doing i'm sorry eight o'clock instead of uh 7 15.
great job congratulations i don't know this but i'm assuming it's the first gymnastic state champion that crown point has ever had correct and i know that um valparaiso has been quite a hurdle over the last two decades probably i'm gonna uh read your names individually if you come up to receive your uh accommodation and we'll ask coach for a couple words and give us a little explanation of what you guys all went through to bring home the state championship of charlotte and congratulations ellie caron congratulations lockhart is about moons is that correct moons thank you mickey neil [Applause] leah fenner congratulations madeline martelly [Applause] congratulations lily anderson [Applause] uh savannah korean kabocha i didn't say that right kobach all right corvatch thank you bridget uh see goodson godson bridget i should have did better on that one that was that was that was not good danielle come later cam lighter congratulations elena uh lagos [Applause] coach amy pisch hey coach uh is coach autumn here okay i'll hold onto these so coach how about a um like i said earlier i knew you had a confidence about you about bringing home the championship you want to give us a little background on your team and how it all came together i feel like i shouldn't be looking at them they've heard all this over and over again um yeah we just have a super strong team that came uh from last school year and then we added in quite a few stellar athletes on the team this year and pretty early on probably october november when i was seeing what was ahead of me and in front of me i thought this is the year it's going to have to be the year so we're just going to go full steam ahead and you know there's going to be no excuses and we're just going to we're going to bring it home i knew that this would have to be the year so it was a year our hashtag was history making record-breaking and that's what we did all year we broke record after record over and over again we broke the school record 12 times we were 15-1 that's never happened i have an undefeated team two i don't really like to call them jv because they're like a reserve team and there's 14 kids all together and from the bottom all the way to the top it's a it's a true team true unity one purpose in mind and one goal in mind and it started from the bottom up and we were all on the same page and we just went full steam ahead and broke record after record like i said won meat after meat great things every time we're on in the gym and out of meat and started with winning the dueling conference for the first time since 2005.

my question to the board is why does 5 students want two teachers to r1 wilson has one math teacher english and science teacher of the core classes for grades seven through twelve my class one has two for these four subjects on tonight's agenda mr spears is tindering his resignation why can't one of the math teachers come to wilson and teach instead of having to hire a new math teacher then why not block schedule this gives teachers more time to teach and the kids more time to do their assignments works great at wilson especially for any child that is in extracurricular activities as it gives them an extra day to complete assignments this prepares the students for the future in college that's the way it is when they graduate high school again just another example of a unified school district being divided i know unified school districts that have shared teachers and have been doing so since the 1990s let's try to work smarter not harder thank you and approval of invoices i'm going to have a few to go through with you uh none on the first page of your check journal one thing that's really caught my attention here over the last few months on the top of page two you'll see our fuel mills that we have for transportation as you know the price of fuel diesel and gasoline has gone up quite a bit so wanted to make you aware of those added expenses uh on page three you'll see dollywood foundation uh that is a program work hard of and we give money to and then parents uh in our district who have younger children can join the dolly parton foundation and receive free books for their kids to you know read it home to their children really a great program next one on the list you'll see that department of transportation physical we do that for all bus drivers we pay for their physical so kind of a benefit of working as a bus driver and on top of page five you'll see some repairs to the water heaters at central plains high school we had tankless heaters had several of them go down recently and we had to get those repaired so we had hot water to serve the kitchen they just it was a kind of a debate on parts versus new uh the parks were going to be really hard to come by the machines were very old so we went ahead with the replacement uh let's see what else again on that second check journal you'll see central planes co-op for gas i think that was all of them is there any that anybody has any questions about it board member has a question i will entertain a motion to approve the influence push the rogers second by josh hall favorite push pass and treasures report beginning bank balance first kansas 176 515 dollars two cents deposits 564 thousand nine hundred seven dollars and sixty eight cents checks cashed six hundred ninety one thousand five hundred outstanding 5 ending balance on hand at 908 306.74 cd at wilson 100 364.50 total on cash on hand 1 million thirty thousand one hundred eighty five dollars and fifty cents no questions i'll entertain a motion to approve the treasury what's an ecf that's that was reimbursement for that emergency connectivity grant that we wrote we spit that yes but they deposited it they gave us money we deposited it back to cover things that we'd already bought before we got them it's like a wash like a wall and reconciliation the reconciliation should be in your the empty package balance matches the cash of the thing which also matches darling's treasures report so we are in balance mr clark uh general fund uh about 277 000 more lob uh 300 000 more capital outlay 94 000 more and food service 24 000 uh just an fyi we probably will want to republish the budget in april uh we've had more kids through that graduation alliance so our kids young adults so we'll probably need to re-publish graduation alliance gave us an estimate on the number of credits that were going to be earned by the energy and i asked them to give me an estimate so we don't have our lakeside learning center virtual and budget high enough to flow through all those extra credits that we're going to get so you have to republish the general fund bump that up so that way the money can flow through there and then go into the virtual so there's no cost to taxpayers it's just a publication in the newspaper to raise that it's all going to be state aid money but we have to get that high enough for we can't make those payments still they'll see it we have to make sure our budget's high which is good news i mean they are getting more and more credits all the time which is good news so awesome thank you and principals reports bank statement equals what we have in our in our activity account for conferences we have over 93 of our parents attend uh the teachers are real good about contacting parents by phone if they aren't able to come in um our kansas assessments will begin april 6th and then april 22nd third and sixth take the map and reading fourth take math reading and social studies and fifth i'll take the math reading and science so those three weeks will be busy with assessments they shorten the window this year so we don't have as much time to get so i'll take eight students out to eat this thursday who earned 100 points or more in our reading program um tate mckenna chloe cook adeline habiger ashton robel zoe schneider kami zink and evan and emery simpson will go out to eat and today was the first time our fifth graders went to salina for starbase this is the first year we participated in it i believe wilson's been participating in it for a while we have got an invite this summer it's a five-day program so for the next five mondays the kids go to celina it was phenomenal when they came off the bus today at the end of the day they were so excited and had so much fun and all so it's all tied around stem you know science technology engineering and math so all of it was hands-on uh lisa ryan the teacher said the teachers there were excellent the kids had no down time they just moved and kept busy all day and they said it was a lot of fun so we'll do that performance and that's no cost to us except for the transportation there so a neat program um letters training i have three of the teachers attending letters training for the next couple of years um the state is funding this the only cost we would have is i think they have four days over these next two years they will go to a workshop but most of it is all online um shay she amy hurley and kirsten kinsey are doing this and when i was looking at the number of hours they have to commit to this it's huge it's between 130 and 150 hours over the next two years they have to commit to this and it all pertains to the fundamentals of reading instruction so it'll be excellent we'll see how it goes and then they'll take more teachers later on through the different cycles that they're going to have so any questions thank you our uh bank statement reconciliation report all matched into the third quarter was friday the 11th uh spring sports started as you can tell it's raining so track and tennis are right on schedule state basketball the girls were state champions once again boys had won their sub state but lost their first round game junior high performed at the la crosse music festival if you look at the second page it gives you the rank the ratings not the number of kids that participated but that's their ratings then cpl music was held at barton county on 3 8 their ratings are below on the second page 112 honors banquet for seniors and parents will be this thursday the 24th at 6 30.
um we haven't been overly successful with keeping these numbers down specifically in grades 7 through 12 our population has continued to grow at those grade levels and our middle school right now the majority of our classes are pushing about 30 students so that's going to be a big factor in some of the positions that we're proposing these are the additional staff that we're proposing and as i said all of these um positions are due to either one an increase in program offerings at the high school level or to an increase in enrollment there are specific positions that i can address if anyone has any questions about them but as you can see there are many that will be built into the new budget if it's approved we do not expect any staff reductions at this time so all of our staff that we have budgeted for in the past will remain cost increases that we are facing um we have health care we have um the teachers contract are contractual increases we have workers compensation we have an increase in our special education costs and we have the cost of new staff the maintenance project that's built into this budget is the replacement of the turf at the football field and here is um the base budget you see the number for last year's budget and this year's budget the difference is four million five hundred and eighteen thousand four hundred forty 444 dollars that's a tax decrease of zero and a fund 20 um amount of three million eight hundred and five dollars eight hundred and five thousand and fifty five dollars so you can see the difference between last year's budget and this year's budget is just over two million dollars we have the ground lease projects going on right now at smallie this year's payment will be one million two hundred and forty six thousand 558 and the years left we have two years left on that lease things that we're looking for down the road not currently in this budget but things that we have to be prepared for um moving forward lafayette school we've talked about this in the past we are looking to build a cafeteria onto that school we will also need to build additional classrooms we need to replace the lights at the football field and restore the high school bathrooms um the high school boilers also need replacement we are looking to add additional led lighting in some of our classrooms and i believe we're currently looking at the hvac project for our elementary buildings and if there's any questions i will try to entertain them sure and anything that we can't answer obviously dr gallagher as you know acting business administrator as well as current superintendent is an integral part of building the budget likely has many of the details that we otherwise wouldn't be seeking um but mrs fisher has been gracious enough to actually deliver the presentation tonight answer any questions that she feel and then anything that we can't we'll obviously combine and address with dr gallagher when he's feeling better so from the members any questions at this time you think i just have a question if you can just collab with you said that last the difference is two million dollars from the last year budget to this year meaning you're requesting that's two more now so the budget has increased for this year yes do we know how that calculates to the tax levy so would we be looking at increasing that amongst taxpayers yes so there's not projected to be any increase in the local budget all of the increased budget is expected to be funded by the additional state aid okay so we should be coming out without needing to add that correct okay yes your school district will not be raising your taxes this year to be very clear to the people okay and i know we already talked about this but just to get it on the record so we can get an answer maybe next time um i know that the lafayette cafeteria was it was a high priority item for us for quite a while and i was hopeful that we could get it into this budget somehow i'm wondering kind of where that project sits in our list of priorities um if these additional funds of any of it is being kind of earmarked and tucked away so that when i don't know if it could ever happen but if uh building costs come back down to a reasonable level where plywood doesn't cost like 100 a sheet um if that's ever something that's going you know if that's close on the horizon or now it's kind of been pushed back i know we don't have those answers tonight but i just want to get that on the record so we can answer it next time i agree and i think understanding that this is one conversation ask questions evaluate priorities or re-evaluate priorities and then make adjustments any other comments or questions i think most of my questions are are more like educational questions not necessarily helpful in this like conversation it's more education for myself to learn how it's how it's evaluated so and always like if it's an instructional or a personal question feel free to reach out okay thank you thank you miss thank you okay so we are now up to committee reports and again one of the things that we've been trying to do as a group is be a little bit more uh diligent and proactive in terms of sharing the reports out from committees uh really in a manner that allows us to share information among the membership um so in that regard we actually have two updates this morning i'm gonna ask mike to do both of them uh for the education committee and for the governance committee uh just to go over the uh the things that we discussed earlier this year so mike okay start with the education but actually a lot of it was covered in that presentation so um we talked a lot about the summer programs there were a few listed there but we actually have quite a few things running a lot of support for el um ell students special education students um really kids who you know who are following the red zone so we have a lot of good summer programs coming up um we also talked about all the new positions that were just on that presentation so that was listed there we also have a bunch of curriculum writing going on and our staff we've reached out to the staff to write that curriculum we're adding looks like four new ap courses at the high school which is great world history government politics bio and physics in addition to some other things then we have some other curriculum that just needs to be finished or revised but those are the big ones and the last thing and maybe mrs fisher can just um give me a little give a little bit more background is the news life program for newcomers to our district and that's students who are coming here with kind of a limited education i guess we could say correct so students who um are port of entry or immune to the united states that are coming to the district that um have a segregation in the time that they've been in the country compared to their educational years for example a student could enter into the district at the high school level of the age of 14 but only have a second or third grade education what happens is we are required to place that student by age not by their educational ability level so currently we have 14 students who are probably expecting that number to go up a little bit at the high school and we're looking for a way to best meet their needs um so we're starting a newcomers program at our high school we will have a teacher and a bilingual counselor devoted to that program and hopefully be able to gain some ground with these students by providing them a full bilingual educational program but also for example teaching them mathematics for grades five through eight rather than putting them in an algebra one mathematics class and expecting them to be successful okay i'm sorry by counselor you mean like um i guess just in terms of assisting with the programming not necessarily like a school counselor we are going to hire a bilingual school counselor however um their case will their caseload will be also um this program so they will be assigned to the newcomers in this program for both um individual counseling as well as working with the other counselors for um our spanish speaking population okay so like providing men like some mental health support in addition to the academics yeah as you can imagine students coming here from another country and entering high school with no education they're going to need some supports for sure and the only thing if i can add a comment i just want to recognize the fact that the summer program in wallace does seem in-depth and robust really is heavily dependent on the teachers from within our schools you know really coming forward and saying yes i want to be a part of this yes i want to continue on and work towards you know the june july time frame so you know i think the process that mrs fisher walked us through that the administration uses to identify teachers that might be willing to do that make that commitment uh and really have that handshake that says this is how we're going to move forward the fact that we can field as many programs as we have is i think evidence of you know that commitment so i just want to highlight that and thank anybody right and those that those of you who aren't aware of the number of programs a good number for sure um and i think that's educated and then moving on to governance um this is definitely not my area of experience we we spent the majority of the time talking about our website update and um i'm going to ask miss casino to really speak to that because she has a lot more experience in that area than i do sure so i had the privilege of sitting in a meeting with the vendors that are working on our site right now they've put together what looks like a beautiful homepage and some structure our next steps on that are going to be talking through site map we want to see exactly how large the site is what the back end uh technology is gonna be and how do we enhance this to make sure it's secure it's safe it's usable it's ada compliant things like that so hopefully in the next couple of weeks we'll have another sit down with them we'll get a strict timeline of when we're going to see the next steps of this how we're going to implement the creative into the site and some of those technological kind of issues so we'll keep you posted and that was a whole governance meeting honestly any questions from the members regarding the committee reports the server programs are from july from june so it's just for one month okay hearing no other comments we are up to uh open forum for the public for agenda items online so first i'll see if there's any anyone from the room who wants to speak don't all run up at once okay we did have one comment coming from online uh which was from uh mr paxson uh and he's sorry let me get this right i did i apologize so this is in relation to agenda item 6.6 which is an employment related item the question was with regard to what step is the person being hired on and that wasn't actually explicitly listed in the agenda but mrs fisher was able to find the answer to that with mrs smells snell's help and the answer is a step b okay so with that we are up to item number five which is approval of the minutes from our last meeting uh so resolve the bamboo board of education approves the minutes for the following meetings regular and executive march 7th 2022.
every year i've done here it's been reversed and so it was our time so we're really excited to be able to uh compete this year and take home the uh the trophy of first place another thing that i'd like to mention in the third quarter is that our wrestling team although we were small we went in and ended up getting the sportsmanship award which is nominated by the coaches and the other teams nominated us um our coaches and our our boys like i said there weren't our boys and girls there weren't many of them but they were always there to help pick up the mat tape at the end of every tournament um to pick up the water bottles and just their attitudes although we weren't always winning um they never kind of gave up and they kept that positive attitude that was noticed by our entire league which is what i like us to stand for even more than a championship is being recognized for our sportsmanship so congratulations to both teams our second quarter disciplinary report the continental staff is using synergy to report infractions and odr refers to office discipline referrals and minor referrals are represented in this report as minors and that means that the teachers handled them inside the classroom but felt that it was worthy to document okay we had 70 total refractions are reported for kindergarten for eighth grade 44 minors and 29 students um own those 45 for my 26 majors which represented was represented from 18 students four students ended up with five and a half total days of in-school suspension and five students equal 28 days of out-of-school suspension in third quarter disciplinary report the top two bullets are the exact same that just explains the only r's and minors 75 total infractions are reported for kindergarten through eighth grade with 45 minors and 34 students majors were 30 majors and 26 students 12 students end up with 17 days of in-school suspension and two students i'm end up with two days of out of school suspension in my next slide i'm going to talk a little bit more about that you'll see that the number of other schools was left and that the in school was a little bit more and go ahead to the next slide um one of the conferences that i went to uh right at the end of second quarter going in the third quarter was about restorative practices is something that educators have kind of been working on coming up with um because a lot of the kids just haven't been motivated by in-school or out-of-school suspension um because the consequence of staying home um it doesn't bother them anymore because we've dealt with you're going to stay at home for a year during cobit and so at that conference i learned about some different techniques and methods so in unison with in-school suspension we're doing modified school day as well what that means is that the kids will come to school so they're not missing more class time but we do things like they meet with me have a conference with me at the beginning of school day i walk them to their class and then they're only allowed to do the academic part of the day so like the music the art the pe they come back and work with me on an assignment that we'll talk about in just a minute during lunch they're also with me but this way they're not missing that precious class time that so many of our students have missed because they've either had cohen or have been quarantined okay and that way their consequences they're going to spend lots of time with me and our staff mr curtis up in the front office and that's working on a presentation assignment um that presentation assignment is then presented to the people that they've offended okay so for example if i end up calling someone in me name then i do a presentation on what hatred can do to a society in our community here at continental school and then i present that to a group of administrators and if the parent of the person that was called the name agrees that student will be in there as well if they don't that's fine this the student who called the name will still present that to administration we're seeing that's very effective because kids once they actually have to face their fears in a group of people and do a presentation on it that seems to hold a greater impact and it's a consequence that fits exactly what they did and it also is part of that restorative practices of mending those two relationships at the end of the presentation the students and the staff have an opportunity to ask questions and so an example is one of those students asked why did you do that at the end of it and it was that simple and the student responded i'll never do it again i promise and so super super effective we're sort of conferences it's something that we've done here i've ever since i've been this is my fifth year in administration and that takes place when you bring two students that had a disagreement bring them together and make it peaceable again so they can get on with recess lunch classrooms one of the things that i also learned in the classroom that we at the conference that i went to is when a staff member and a student have a disagreement it's still just as important to mend that and so we've been implementing restorative conferences in that as well which has gone on gone really really well the main partner that's been used so far is in the middle school we've used that successfully with several of our teachers mr curtis and i had the privilege last month of attending the school safety and security conference which was held at gcu and was put on by the fbi and maricopa county sheriff's department the main takeaways that mr curtis and i ended up getting out of this is they really talked about the social emotional concerns um as when you look at school threats and things of that nature um the one thing that they can tie back to the violence is all of the individuals who have enacted out from violence that demonstrated social and emotional concerns over history and that's the one thing it's not about sex age or race it really comes down to the social emotional well-being of those individuals um and so one of the things that we are working on in our school to have a place for next year our emergency committee is the third bullet down is the threat assessment team which just like we do for kids that are struggling or getting behind academically that team is responsible for looking at the kids that are expressing um those social and emotional concerns that we can give them a team so that we can help them get the help that they need so that they don't feel the need to act out because they their needs are being met restorative practices was also at this conference as well which is why mr curtis went because he does help me and assist after the first conference i went to and learned about restorative practices we felt since he works and mentors the students afterwards that he would be a good fit to go and learn so we attended two sessions on restorative practices at this conference as well the last bullet is target hardening by training staff this is something that we take very very seriously our school we have an emergency operations plan and eop that our emergency committee continues to work on an event and so that's one thing that we'll be looking at and coming back to the board with some suggestions and recommendations at a later date of making our school for those people that are looking to cause harm or get attention that it makes it a harder objective while still keeping it that happy continental field that we love here is a fair and that is all i have for you so once again thank you sorry i was running up here and out of breath but that's what we got for you thank you for all your support next we have our super attendance report okay good evening members of the community students governing board i get to present the fun stuff okay well not that mr lake and stuff isn't fun but a lot of special events and celebrations that you have all participated in that you should be celebrated for um i presented at the realtors meeting uh february 15th and it was a good time to us for tax credit donations so our tax credit funds are still coming in so thank you mr osterby for setting that up also on february 15th we had our ell parent meeting which is a title one requirement we get funds from title iii consortium to support the needs for our ell learners and for title one a huge component of title one is parental involvement so one of the things that we have to have is the ell parent meeting which was well attended this year we had our celebration of learning and our family reading night how many of you participated in that night that are here raise your hand okay we have some families and students here so there's some pictures of our family reading night we also had our 8th graders 28 of our students took the psat test attendance update and registration good job boys and girls parents we only had 27 students absent today which is 95.8 attendance we have zero students and staff in isolation zero quarantine so we have zero covet cases so everybody is doing a great job with continuing to wash their hands and stay clean and healthy so we appreciate it um here's our normal monthly enrollment update that we show so we are down by one student from the end of the school year last year so our students have come back to continentals increasing enrollment every day rodeo break and jazz festival orchestra we continue to have dedicated staff who still work during their vacation time or during rodeo break in flagstaff our jazz students received an excellent and kelton webb won an award for his solo our orchestra students performed at the brookdale senior living center we are so proud of our cults and thanks to all who made the trip possible mr ferguson mrs belletti mr nathan mrs nathan and mrs cuevas and since arizona was closed the kids got a special trip to the grand canyon so i think that was a pretty good trade because a lot of the students had not been to the grand canyon before so we were super excited to afford that to our students rodeo day adventures though i did bring the roping dummies for roping practice our kindergartners really look forward to practicing and so do our teachers it was a super windy day so we did move practice into the pod and then we had some little mutton busters there at the tucson rodeo store the land is my granddaughter kyrie and on the right is mr manganese's daughter gianna so they um they were troopers go girl power kinder roundup so we had 31 students register for kindergarten class of 2035.
i'm trying to figure out if it's over 75 or not but the key mic is is how many completed i think it's also worth noting that this is kind of exciting you know it has sort of trickled down at these you know into high schools this this these decisions are happening for students when they're 16 17 you know their colleges are kind of encouraging you know direct admits to this school to that school what do you want to do you know do you want to go to business school do you want to go into engineering do you want to end so and i think we're offering definitely more sophisticated courses you know than them certainly when i was in high school and so you know they they're making these decisions earlier you know there was a time when you know you'd go to college and you'd be undecided yeah well we started planning and you know yeah right it's great right you're doing career interest surveys it's unique in that like the second that you get there you're already like i'm looking at the next step you know and so it's yeah it's definitely you know they're they're faced with much more sophisticated choices and these pressures the framework i guess to kind of navigate that i would offer that we have um you know pretty broad spectrum of classes that get offered i mean the opportunities for students to explore those interests are far more than when i was in school for sure so and i think the the key that we really came back to is just increasing that student engagement in it i mean yes we know that they're you know you can get emails every day about which colleges are here or you know come to this event or something but it's really just kind of getting a more intentional engagement i think even as mado was speaking before it's like how do we how do we develop some of those skills to know that i can go and seek that out so they all kind of work together i'm excited to see this this one frame framed this way too i mean this is something that's near and dear to me too i have three in college right now okay so i i definitely get it and i i did an awful lot of work helping my children plan and identify what to do and where to go and and how to navigate that whole process and i wish i wish all students had the benefit that my children had and you know i've tried to help some of my my my students friends with this but um it'd be great if the school could do more than what we're doing and i mentioned before we have more counselors than most schools i mean we we're we're already this is already something that we've been working on and and to see this as one of the four targets is great thank you i i wanted to just tell you cheryl that in my research which is very limited 15 to 20 percent less enrollment in in colleges so pretty dramatic and and hence you know the colleges are after you know pretty intensively recruiting i'm not a democrat any demographer how do you yeah that's the right word uh but i believe that there's a there's a there's some some sort of dip in the population too that's causing that that particular age group um this was something that was forecast to kind of happen um so i think that there's i think there's a number of factors that are playing into this i've heard that there are even fewer males going okay interesting college yeah [Applause] the fourth one but this is in no way we purposely did them i'm sorry michelle i purposely did them as a wheel because we didn't want it to be like one was more important than the other and so um and i think it's very important that we also pay attention to the recruitment retention support of high quality that's supposed to say staff not students that is my typo that is not jill's type oh yeah we're not looking to teach you to retain students after the four years high quality unless they're returning as teachers so that should say staff i apologize for the typo um but michelle we have one of our staff members here yes i'm michelle davis i'm an english teacher at downers grove south um i have some notes with me in case i forget um so i will try not to look at them and i will also not read the bullet points but um when we were talking about the strategic directions and we were talking about the equitable and supportive environment we kept coming back to teachers as a bullet point and as we got more community feedback and even as we continued talking it was very clear that this needed to be it's needed to stand on its own um and i think talking about things that were a problem before the pandemic that have only worsened after the pandemic teachers leaving the profession at an alarming rate so um not in district 99 but it's a fear that's there and it's also something that i'm constantly hearing from my colleagues and it's being talked about this feeling at just this this need for more support and what does that actually look like and how can we can we do that for teachers and staff and so i really want to highlight the bottom bullet point which is nurturing a culture of support and collaboration among all staff and looking at the comments from the community and talking to as many teachers as i possibly could between the different you know um meeting days that we had because i am just one voice it's very very clear that two things kept coming back over and over and that was time and voice and i think that time has really become so minimal for us that it's really hard to have a work-life balance and to to kind of add on to that that helps with this equitable and supportive environment for students because i also think we need support in providing a good school life balance for students so it's kind of everyone's feeling this where we don't have enough time to get everything that we need done where do we build in that time i know the new schedule is you know fluctuating time in certain ways how can we build in more time for teachers to collaborate and plan and even grade sometimes i'm grading on saturdays and sundays and not able to spend time with my own kids so it can be really difficult to maintain that work life balance without feeling like this guilt and not being there for your students because we also had extensive conversations about meeting the needs of the whole student and so also the bullet about um adapting staff roles i think a lot of things that we talked about were how can we streamline certain processes that both teachers and counselors are doing how can we just find one go-to person to do this so that we can cut back on some of that time that we're doing you know repetitive things and i think the most important thing is teacher voice so i want to say i appreciate even being a part of this strategic planning team because i felt like i did have a voice to speak on behalf of other teachers but we're the ones in the classroom day to day with these kids and we see things that sometimes people outside the classroom don't see and so being able to i apologize i'm pregnant i'm out of breath talking breathing really heavily i'm like so excited um but just being able to just let us tell you what we're seeing so that we can make the necessary changes because sometimes it's like but this keeps happening and nothing seems to be getting done about it but it's also how can something be done if we don't know what's happening so just being able to maybe just pull the teachers on what's the biggest issue that you're seeing right now because i do think that there is a balance between supporting the mental health of students and creating student ownership and that's something that's falling on the teachers a lot too where we're like we need support in how to do this because it's something that's really really increased this year and added more onto an already very time-consuming um career path so that's sort of kind of what we talked about sorry if i talked fast no no and i think that um and and michelle has has noted you know she said the district does a really good job of providing professional learning and coaching but it's just how do we continue that and how do we keep doing that in ways that are like what are the new needs that we need some help and support on so we wanted that professional learning piece in there not because it's not happening and again a lot of the stuff that is in the stuff a lot of the pieces that are in the strategic directions they're not necessarily new but they're like okay let's really focus and let's you know try to make a priority out of this or something so that we're trying to do that but i think that that was clear you know michelle's she wasn't saying that she wasn't getting any she just wants to make sure that the support is there with all the other stuff that's going on so yep well i was gonna say and i'm sure we'll discuss it too but gina was saying that one of the things we're trying to incorporate or get out of this hybrid block schedule is teaching certain things like on mass to the whole you know resume whether it's a resume workshop or some other you know executive functioning skills and maybe you know can't think of something that maybe only was covered in a social studies class you know might now you know be able to be taught to you know the school um in some of those larger study actions you're stealing my thunder for that schedule but yeah you know to try to take what michelle said is really important is that it all the staff knows that all of the students are getting this right so it isn't does the student have this skill or not it's we know all students have this set of skills or have at least been exposed to this set of skills and it isn't like in one corner of the building this is happening and then the same thing's happening somewhere else and then it's happening with the counselor we talk about getting time back that's one of the aspects of getting time back is just i know my students have these skills i don't have to reteach them i don't have to dedicate time to it and you hear from students like i did this in my english class and now i'm doing it again in this class and i like i i've done this so many times i wish my teacher just knew i knew how to do this and it's like well how are they going to know right we want it to be input put it into their brain so that they can let them know they have it so you know that that speaks to you know what we talked about last week or two weeks ago about this happening and i even think collaboration um we don't really have a lot of time to collaborate with other content areas and i think that's really important with the common experience we're doing a lot like we have the district policies but then it's content specific so i think it would benefit to be able to collaborate expectations on grading behavior um you know all of those things across content areas because what i'm finding is an imbalance in some of the priorities for students on because this class does accept late work and this one doesn't and so i also think that this collaboration among all staff is really important so that it's equitable across all classes and you know then i'm not scrambling trying to get students to complete late work because i accept labor um or that our department does so i think that was another thing too is just collaboration in that way and behavioral expectations as well cell phones things like that everyone's got their own policy and sometimes it's hard to be the person that's like put your phone away but so and so let's have it out you know things like that where it's like some of these things that can really steal a lot of time and become very distracting in the classroom that's something else that was talked about that i didn't mention and that's definitely what we tried to work that into the equitable and supportive environments like how do we have consistent expectations and how do we you know so that it's not you're not pitting teachers against each other and you're not pitting students and students don't have to prioritize well i have to do math because this one this teacher won't let me do that but i can put off doing my english homework or something so we want to make sure that students really have consistent expectations and staff feel supported in that questions for michelle thank you so as you can see they as they have said it better than i they really are a web of directions they're not you know distinct things that they're going to go off and so depending on any feedback that you might have or questions that you might have we are happy to entertain them otherwise uh you'll see this back in probably may did you decide i think yeah when we would bring back the mission and vision and values hopefully as well so and i just want to again thank the core planning team for giving up two and a half days of that time i was so proud to be part of it and just it was a very positive experience it was very energizing so thank you guys thank you absolutely very exciting i haven't done this in other districts the enthusiasm and the passion that you have in your community members is really exciting so it was it's been fun to to work with them all right that's great thank you thank you thank you thank you this would be hard to top that no now staffing gina is like don't give me the remote sorry we have a small cast change here i'm waiting for the costume change all yeah begin okay uh good evening everyone we're here to talk to you about the large package of the 2022-23 staffing and curriculum overview um just a reminder how all of this starts is that early in the calendar year students sign up for classes that they want to take next year that goes into the brilliant minds of georgia and ryan here and their teams and they throw that into spreadsheets and they figure out how to run all the classes most of those classes it shakes out pretty easily and we run those classes and then it comes down to some difficult decisions about some classes that have fewer students who signed up for it than what we anticipated and so we have to make decisions about are we going to run those classes are we not going to run those classes so when i'm finished giving you the overview gina will talk through those a little bit and then georgia and ryan will talk about some highlights from those classes that we are going to run after they're finished scott is going to talk through the special services staffing and then once all of that is done then it goes to jeff and then jeff looks at the staffing and what that means in terms of who's returning next year who's not returning next year so then you'll see on jeff's reports names specifically about teachers and those cases and then you'll see that also in consent agenda and then in the resolutions so a quick overview in my memo and the charts to you you can see that through that sectioning process we are down 4.1 fte uh most of that is due to a lower enrollment so there's fewer course requests so therefore there's fewer sections of classes to run but we did have some ads so we added a social worker at t99 that scott will talk about a little bit we did end up decreasing a 0.2 department share department share release is calculated based on the number of teachers who are teaching in that department so occasionally uh the sectioning process causes there to be uh fewer teachers in a department or more teachers in the department and that causes that calculation through their contract to add or take away some release time for them we released a 0.2 data at north which is a teacher fte that we use to run data reports with us that brings us in line north and south now have the same which is a 0.2 and that reflects our usage of those and the last thing is to remember we talked about the student success coordinator those were actually in last year's numbers because we added those but those are grant funded so the only difference how that plays into this year is we're using local funds so down 3.5 fte staff overall but there is an increase of 2.0 because now we're locally funding the student success coordinators so that's the general overview of our staffing i'm going to hand it to gina gina is going to talk through some of those difficult decisions that had to be made about courses so each year we come forward with courses that enrollment was less than 20.
and we will also be planning for the training that would be available to make sure that we have the proper number of certified administration to support our staff and students across the district moving forward thank you i'm going to talk a little bit about professional development and while i do that if denise and renee could come up so one of our goals this year was to come up with a three-year professional development plan which i will be sharing with the board in april what we did so far this year is we wanted to come up with what are our expectations for the type of quality of staff development that we provide and it's very important to us that we model the type of instruction that we want our students to receive including differentiation including inquiry including having learning targets so we set those up they're a part of our climate for learning they're called expectations for engagement and there's the expectation that as district administrators when we provide trainings to staff or principals we model those when principals provide training to their staff and so on uh and then the links that are in there what we attempt to do within ed services is map out the entire year when we look at faculty meeting times school improvement times institute days if we do not do that any one of the people that has spoken in front of you today could passionately build enough trainings for the entire year so we have to be very careful that we coordinate our time and our efforts so that um there's a connected vision of how all of those pull together and that we're not overloading our staff or planning so much that there isn't possibly time to do it all and speaking of not having time we did look through all of our pieces of envision 308 well in advance and there are some things that we are not doing this year and made that decision early on and this piece of vision of the future of instruction is one of those pieces and we look forward to looking at that next year special education i'm sorry it's me again um so in looking at this piece um and and thinking about direct instruction um the student dei committee who has truly come together from both of the different schools i made sure to pull information from last year so that all students would have an opportunity to apply so they went through a process um and i want to just make sure that i acknowledge all the teachers from the dei committee who are supporting um these students groups uh diana palumbo and jamie piper have truly done a ton as well as miriam osich and michael lealy and so the group has decided that they want to be called the coalition they believe that they are a group of people from various backgrounds and different experiences who are coming together for the purpose to amplify their voices and so in working with the group this past week they have been working to create visual representation within each of their schools as a way to bring positivity and um and awareness to some contributions that various people from from non-dominant backgrounds have have contributed um to this community as well as to the united states so they they got really into it they got into these flags that was a whole another conversation um but they truly have been on this journey of um just learning about who they are and determining how they can utilize their voice so that they can um be bigger allies and and for each other and for themselves um and so we've spoken on the student ambassador committee so i just want to make sure that i'm not over talking but um the action plan process is what we're working on now dr podjasek and i are getting together and looking at some of the sel standards with isb looking at the different structures that we put in place to make sure that we create an action plan that can be effective and impact our students we've so much information wealth of information that the student ambassadors and the information for the survey has provided us and so we want to make sure that when we are doing this action plan that we are realistic but that we are effective and that we meet the needs of all of our students and so finally we just recently administered another high school survey i'm so happy the students keep taking them but this one was focused specifically on um you know cultural responsiveness student identity student religion as well as looking at sel factors as well and so we are in the process of looking at that information now uh miss douglas and dr project and myself to determine how we'll utilize that information moving forward thank you now it's special education good evening i'm denise hildebrand the executive director of special education this is really a follow-up to the report that i provided in october for you the special education department continues to engage in professional development activities that build capacity both in our staff and in our special education leadership we've been focusing on the instruction of executive functioning skills at all levels early childhood through to 12th grade and also in providing training to both our administrators and our case managers our teachers on local education agency or lea representative skill proficiency we have developed a four module series that we've been able to train all of our staff in at this time really feel that we have seen positive results in the quality of special education individualized education programs and plans that we're seeing thus far processes for programming within specific special education programs located at eastview academy and pathways transition program are being developed and piloted in anticipation of expanded implementation next year thank you good evening i'm renee sartor the director of english learners and in addition to work on the dual for him to talk through this slide all right so this is just look at where we're at and we feel overall with all the different pieces that you've heard this evening that we are solidly making progress we have quite a bit of work yet to do but we have made progress so far and then i will turn it to questions that the board may have i appreciate the fact that dr weiler says that our students are continuing to take the surveys and we know that students have been saying to us for a long time that they don't want someone surveying them and then not seeing any result from what they say and so i think it both well that if they're continuing to take the service that they have confidence in the fact that not only are their voices being heard but action is being taken so that's really good i've got a follow-up question of that how are we doing the surveys how are we doing i mean are they are they doing them in study halls part of the student support time we usually take a few minutes from that time to administer the surveys then i had a question on slide three so you talked briefly about um the instructional coaching i think it was miss looters right so it's been a while i don't remember the month but i remember we were on stage for it um where we talked about the avid program and how we have some avid coaches who could be helping out with some of this stuff at the junior high especially with literacy has that happened so the avid coaches from our that work at the district level yes yes they've been part of not only the literacy training but also the equity trainings as we've done those pieces and they've been sitting in most recently i trained some of them for the math framework on friday and they're part of developing that professional development and then pushing that to other buildings come on in they've also participated in uh building level administrator training throughout the year on avid structures collaborative structures they work very closely with the two secondary instructional coaches all right i just like i don't i don't want to i don't want them only working on avid when we have all this other stuff going on absolutely and avid is more of some of the instructional practices and the system work that fold into what we're doing which is why i had asked for it earlier but i was just making sure and our avid coordinator that supports elementary is also an elementary instructional coach at east view academy so she is prevalent in all of our instructional coach meetings um that meet monthly okay i just like i don't want to just like i want them out in classrooms with teachers and yes okay we agree i know that this was a time of like discovery through your walkthroughs and now i think you're in the second phase of the walk through so i'm just interested in all of this engagement like what what was your what are some of your greatest takeaways or surprises or things that you discovered as you were going through the process so one of the uh pieces that i hadn't anticipated on when we looked at the literacy framework and that independent reading time and independent reading time is simply having students have choice to practice their skills and when i've done this in previous districts that's a really key component but this year at the elementary and junior highs it was this calming time that students could really have almost some some break and some pieces that you could just kind of feel the room breathe so it was this great instructional piece but it also was some of those connection pieces learning targets we saw an improvement in the amount of classrooms that were displaying learning targets at junior high and high school we still have some fine tuning to do in the quality of some of the learning targets and how we share that but that was some of the progress and then it was very great to see even though i know we hear about there are a lot of behavioral issues and things that as our students are coming back that there were marked differences for how our students were collaborating and working on academics even from the first couple of weeks of the walkthroughs in october to the end of that time and then seeing some of that as we go through one of the side pieces that our staff gets to see that even teachers and principals may not is we bring along principals and assistant principals and people from dac to go to other schools and go with us and the amount of conversation that they're now having around common expectations is very different now than what they had in october and there's this oh this is how we do this and we can provide feedback and kudos to our staff i was very very cautious at the beginning said nobody can take notes nobody can do any of those things because this is not an evaluation of any of the teachers this is an evaluation of how we are doing and to my pleasant surprise people were like why aren't they taking notes why can't we talk about things why can't so um about three or four classroom walkthroughs in we changed that and now we do take notes not by specific teacher or by looking at that but then we come back and we're able to share all the positive things and have that spread many times our principals will say oh i gotta go back and you know talk about this at my school or i need to take this practice back so it's allowing some of that transference of some of the really good practices to happen elsewhere that it's by design that's what we wanted to have happen but it's really great that we've got instruction and it's contagious and we're making progress now that we have some common language and frameworks because our teachers were always working really really hard um and doing great work but to having some alignment to all of those pieces just helps everybody work together that's awesome sorry you can get me going i could that's exactly what i wanted that's awesome that's great great to hear you got any other questions oh i'm sorry okay uh one other question recruiting um i heard that we are doing the open interview process and we're looking for more uh diverse candidates but what are we doing to go where the pool of candidates are for example going to historically black colleges universities or et cetera as opposed to waiting for them to come to us and that's an excellent question and one that we are looking at for the upcoming year as we start to plan our recruitment activities for the upcoming year and the years to follow from there right now i know one of the ones that we're really excited about looking at is a job fair that's going to be coming up with the university of illinois at chicago we take a look at the demographics of who is uh earning education degrees there um it is a it is a very diverse population that we're looking at we've also attended job fairs at illinois state university as dr waller had said and we are going to be attending a bilingual specific one that's hosted by irc coming up here i believe actually on saturday so we've got a lot of moving pieces where we're going out we're actively trying to source within the community we're obviously looking to be able to broaden our horizons when it comes to that and we're looking forward to being able to put those pieces in motion in the years to come okay thank you i have a question um about just it was a bullet point and i just wondered if you could put a little bit more content around it the district restorative practices leadership team um you said that there's going to be a two day training but what is what is the intent and purpose like moving forward because obviously two days of training doesn't quite sure so with the restorative practices which is a lot about not only proactive measures but how do we fold students back in after there's been an infraction and how do we teach about that and we've had some starts to that in various schools but we uh have had some work to do in having a common shared definition of what that is so dr pjacic has brought in a common training and then to have a district level team to implement that and then looking at it for all junior highs and our high schools we decided that we needed to really set a good solid infrastructure of understanding on that and have some common pieces before we continue to launch and it's not that we don't have people at each of our schools that have good intentions and have been working hard at that but without a common groundwork or framework there's some possibilities for some missteps so a lot of background work so that we hopefully can have a really foundation strong foundation and then travel faster once that has been established i don't know if was anything else i think that you wanted the district our size it takes a lot to bring down to the classroom level correct and that's the goal of the restorative practices training that we went on was we're starting with a small leadership team to really establish that foundation and then a subset of that team will be trained as internal trainers and then we'll be able to identify what our steps are it'll be a multi-year process to really implement because like you said one of the reasons we chose the group that we did is because they look at it not only from the restorative justice and after things have happened and in the discipline office but all of those things that happen in the classroom prior to prevent us getting to that point to begin with so it's more it's about relationships it's about instructional strategies and structures that we use in the classroom and that involves a lot of people and a lot of training so this will be something that takes multiple years but we felt like that team needed to have that common understanding in language so then we can determine what our district definition is so when we start to roll it out there's a really clear understanding of this is what it means because there's a lot of different theories and beliefs and velocities out there this is what it means and this is how we're going to get there over the next several years and i think the end goal is always the same that we're trying to make sure that we're what that we aren't incurring those adverse childhood experiences through behavioral issues and expulsions and suspensions and all of that kind of stuff so i look forward to hearing more about that and maybe even somewhere down the road seeing that that multi-year plan would be very helpful so thank you very much i'm sorry i think i think i'm i may i hopefully i'm not repeating what she just said but i'm hearing a common theme i used to work common common expectations across the building i think i've heard it now from most people and i think that that's phenom a phenomenal goal i also think that it's an intentional strategy on top of everything that we're doing and so i don't know the answer to that but i know that well there's a everyone is talking about the common strategies that we're pushing across all of the schools and it's based on the frameworks and everything that we're doing but on top of just implementing this it's a level of intentionality because it's a cultural shift a level of intentionality to have common expectations and to make sure that they're implemented so i don't really have a question more so than are we being or are we at the same time being intentional about spreading that commonality across the board so my why of why i went into education and why i stay with this is to have find the right balance between having common expectations so that we have systems that we can build which also still have freedom and autonomy to let our students in our teachers skills and talents shine through so you'll hear us talk a lot about here's what we're tight on or here's what our expectations are but built into that is that autonomy so and you'll see when we talk at the professional development training where i share the plan with you to do complex change there's seven things that i always look through and what that is and one of those is having common expectations and a shared vision of where we're going because that helps everyone pull together our instructional coaches it's our belief that we as long as we can get our instructional coaches here's where we're all going they're just helping coach and support people to get there not coming in with their own opinions about this is what we should do and then it becomes a lot easier to train new staff because we have this is established of what we're doing and folding them in because real professional development and systems change isn't done a year at a time it's many many years of consistent language thank you you got me going are we again to move on to 8.2 consent agenda are there any questions on the consent agenda thank you also thank you thank you thank you everyone all right if there are no questions on the consent agenda can i have a motion to approve the consent agenda please i make a motion to approve all items under consent including 8.1 minutes from the board of education meeting on february 28 open and closed session and 8.2 to acknowledge the foia requests received by the district second mrs simultan aye mr gatewood aye mrs swanson aye mr siron hi mrs doyle aye mrs johnson aye motion passes 6-0 item 9.1 is information and financial statements are there any questions on what has been provided this evening adam 9.2 is in regards to our district safety plan as we continue to see a decline of cases of kova 19 in our schools and across the community we are looking to make some changes to our exclusionary procedures and we wanted to bring those changes to your attention teresa good evening outlined in the memo there i'm just going to highlight some of the the changes that we are proposing that would be going into effect on wednesday and really this is just addressing the chronic absences related to seasonal and chronic conditions in students such as allergies and migraines at this point that makes up the largest number of our students that are excluded from school for five days or require a test for return we want to acknowledge that and work with families and their health care providers to obtain medical documentation of those conditions that they may have what the expected symptoms would look like if somebody were to have that type of condition and allow for our nurses to have that clinical judgment when they're evaluating a student in the school nurse's office so that they can determine whether or not that really isn't aligned with what we would expect and again not excluding that student if we don't believe that's necessary for the safety of that student and those around them additionally we would like to expand our testing as we see the number of cases continue to decrease we believe we have the capacity at this point to allow for testing within our nurse's office so we have worked with our local health departments and obtained cases of rapid tests for each of our buildings across the district and at this time if a student excuse me not this time but moving forward wednesday and beyond if a student develops symptoms while they are at school and there's not a pre-existing condition or medical documentation that would indicate the reason for the symptoms as the nurse is evaluating that student and determining if there's potential suspect of covid19 rather than automatically excluding them as we have been doing up to this point really based on the capacity within the nurse's office we will be offering the option to parents to then authorize the test to happen right there in the nurse's office and avoid exclusion altogether so that process will be that the the nurse will reach out directly to the parent at that moment in time parents would provide the authorization that there'd be a rapid test there in the office 15 minutes later that students cleared and returns to class so it's just another piece of that puzzle as we talk about evaluation of students and who's you know safe to be in the building and who needs to be excluded so we we really feel comfortable in making these changes and again all of this is really built around that um really important goal of keeping kids in school and keeping in person learning for all of our students so happy to address any questions in regards to this recommended change i'm just very grateful as a parent of an allergy sufferer and our goal to not just keep kids in person but the continuity of letting them stay is so important even a day away is like causes um such a an issue so parents uh their provide the provider has to send in the letter yeah and for a number of our students we already have this type of documentation but up to this point previously based on the state recommendations at the height of the pandemic we were not accepting that documentation as a reason to avoid exclusion so for a number of our students we already have that documentation in place in our nurses office that's collected as part of their annual health survey when they start the school year but if you do not have that information on file and you wish to work with your school nurse we invite all parents and we'll include that in the information that goes out to parents tomorrow invite them to provide that information to their school nurse so it's just another resource that the the nurse can access when they're making that medical evaluation i do think it's important to point out as well if a student does call in if a parent calls a student in sick like they're not there at all on a day when they want to come back if they were out for an illness that does include symptoms of covid19 we do still need that student to test prior to coming back in our building that really helps to secure the safety of the students and staff in the building not bringing someone in who was actively sick and home for a period of time we don't want to become that testing source we still maintain our testing at the old traveler location that is still open three days a week moving forward so we would still encourage parents to utilize outside testing if their student has not been in attendance in school this school-based testing will really be just a quick answer for students who are already in the building yeah thank you for the update because this is just another venue or platform for our community to see and understand some of the changes that we're making as opposed to them just having it sent in an email which they may not open sure so i i appreciate that very much and so as it relates to the safety plan are there any things that you see um coming coming coming next as an update for us um you know we're we're kind of in a tough spot right now where um we received pretty frequent updates from the state public health department and our local health department on a pretty regular basis for a while there we had lots of written resources that's a challenge at this point as things have really changed for many other settings across the state in regards to covid the written guidance to schools is kind of lacking at this point and we're we've had a few phone calls with the state but they have not been able to narrow down when we could expect updates to the written guidance and schools as a result of that i think are kind of all in different places with what they may be moved forward with and what they haven't so we remain in really close contact with our local health department very frequently and talking with them about what we're comfortable moving forward with and what our current metrics look like but at this point in time i would say that's the largest challenge for us is just not having that granular guidance from the state level that we had kind of become accustomed to for a little while there i i think we will start to see much like we are accounting for chronic conditions that as we look to expanding that rapid testing and maybe even taking a look at the symptoms set for students and being able to hopefully come away with some of that if it's a minor single day stomachache that resolves that evening and they're fine again and those kind of things so i'm hoping that we'll be able to look at that symptom list and bring that down some so that would be my i believe my next recommendation for us as we move forward thank you thank you teresa item 9.3 is an informational and discussion item on a way to enhance our ability to be as proactive and responsive to emails that come from the community to the board of education communication from the community to the board is very important the board wants to hear from the community and also wants to be responsive to community questions for this reason we've developed a process that we feel will help accomplish these goals in a timely and efficient way we want the community to be assured that when emails are sent to the board those emails are not only read but the sender and the rest of the board can't see the responses to those questions so theresa committees our director of communications will walk us through some proposed changes to this process thank you dr smarlin so real briefly this is just the policy bringing it back up again so it's in front of everyone there is a policy in place that does direct communications to and from the board and dr sparling covered some of this we want one of the very key takeaways to be that the board in all ways still welcomes that communication from the community that's regarded as very important and that people can submit those questions you know to the school board superintendent administration we just think this really provides a vehicle for people to understand kind of where those where those questions can be directed so this is uh kind of hard to read on small paper here but these really outline the steps the five steps to this new plan so we have a group email that the community utilizes it's a simple way to provide communication to the board it's the boe at sd308.org this email address then copies individually each of the school board members and superintendent and recording secretary at this time what will be a little bit different is that our president mrs simultan will be sending an email back that then outlines kind of the district and board functions and how those may differ providing links for who to call on our homepage we have a great resource of you know who to call kind of a roadmap the type of you know the order of who you might need to contact for an issue so that'll be linked in there as well as a link to our full staff directory and then additionally we'll now have a link to a submit a question so if you're unsure with those two resources kind of where to direct that question or where that question might belong this system then provides a way for you to obtain that answer so someone will use a link to submit the question within the letter that they'll receive from our board president and they can use that to submit their question that will be then forwarded and alert the board secretary that this has come in she will then direct that to the appropriate administrator individual that can assist with helping to track down that answer and provide that to the community member as that administrator then replies our that will be copied over to our board secretary all of that information will be recorded on a google sheet which has viewing privileges for our board that's important piece so you can see the information that people are asking or sharing what our administrative reply is to those type of questions as well as an opportunity for us to kind of gauge themes and if there continues to be questions that we don't obviously we aren't addressing proactively somewhere on our website or in our communication we want to take those themes to help us to improve and grow and provide those kind of faqs to our community so in a brief overview you have their components of that reply we kind of covered a lot of this and what what the role is of the superintendent administration as compared to the board and then those links to the various tools that will be there this is just a screenshot of what the form looks like so when within the letter that's provided by the board president if someone does have a question and don't know where to send that to they'll click on the link and this will open up just a easy way for them to submit their information and how we can get back in contact with them and then this is just a screenshot not really intended for you to be able to read real clearly at this point but this gives you kind of a preview to what it'll look like in that google sheet that will be shared with each of you for viewing purposes only and you'll see here what questions were asked when they came in who asked them which administrator those were directed to and when and what that reply was so i really think it closes the gap in communication and make sure that it's visible to everyone here at this table as well as our administrative team there's any questions or i appreciate the fact that you know the the process empowers you know the district and and i think secondly because as the board we are to listen um for the concerns for the aspirations the desires of our community and so i love the fact that we will have themes created from all of these emails because it's really important that we continue to hear from our community but yet have places by which this information is gathered and sorted in a way that really makes it effective for us to use as board members because that's our job to listen so i appreciate it is there somewhere theresa where we can on any of these touch points of communication just caveat that you won't hear an individual response from every board member because i think i got a lot of frustrating emails that we didn't reply or give an answer but it is not only our policy but individually none of us represent the board it's the board secretary so even though i would say thank you for your email i think they wanted more so i believe mrs simon's done a great job of capturing that thought in the letter that she intends to utilize and replying that really does speak to the whole board and really kind of the voice of the board as a single unit and and what the role of the board is as opposed to the role of the superintendent administrators i know a lot of times people bring individual you know student concerns or staff concerns to the board that really would belong more in the administration at least initially until they've worked their way through that chain of command so absolutely all of that is covered in detail and that initial communication and as we start to see again the themes that come through we'll use that and proactively take those pieces of education and turn them back into like our parent newsletters and our website faqs and places that's what we learn yep i think some people had expressed that they wanted to be able to reply like do you want to speak to that yeah i don't um necessarily want to reply with answers to questions um you know that i'm not the you know authority on uh i certainly expect you guys but that's not the expectation that you would right i just would like to um you know send a note of appreciation um so i just i want to make sure that that's not limited um acknowledge individually you know from for myself so i don't want that limited going forward um i also had uh you know a lot a lot of times it's uh you know something's on the agenda we support it they're going to get it on a reply that seems yeah that was my vibe on this too to use a phrase the kids these days would say um this feels very impersonal and when we strive to create connection with individuals who take can you talk into your microphone oh thank you sorry i usually do i appreciate your noticing that um when we're striving to make connection with individuals in our community this email reads as incredibly off-putting to me because i've taken a step that for arguably for many in the community who don't have familiarity with anything related to board leadership to write a letter to the school board is is hard it's it's something that you take very seriously so when you've taken it seriously enough and very often and keep in mind that we don't see the kinds of volumes of email that this might be useful for for example if you're receiving more than like 20 to 50 emails a day we don't see that we see a few um to get those few emails and have after taking all that time to really craft something that you need the board to know to get this as an auto reply when it's kind of it's long it's long it's a lot of information to take in when you're writing from a place that's not probably based in um it's based also an emotion two it sends the message that we're not interested in connecting with you individually this is what you ought to be doing go talk to other people and i know that that's not the intent but that it that's how it read to me um and i love the idea of the staff directory the visual road map and the link but who's to say that that can't be something that we can provide in signature lines so that individual board members as we can we have the ability to as dominic had said respond send a note of appreciation um it doesn't need to be long but this is the the tone of this is very standoffish in a time when we really really need to reconnect with the individuals in our community so for me i don't i don't care for this at the level of email we're getting i could see value in this for high amounts of emails such as we've seen over various topics in the past so i don't know if it would be something that could be triggered at a certain number of emails to the box per day but if we're getting one or two a week it feels like an unnecessary barrier um to connecting and and i think you know when appropriate um it's not always you know like i said sometimes it's just they're not looking for answers right you know and i think i want to make sure i clarify based on something that um mr doyle said it's not an auto reply so this is just a tool that we've built that your board president can utilize um i think the intent correct me if i'm wrong is that she would copy paste and drop that in as a reply this is not in any way being set up as an auto reply okay in addition to whatever comments i want to make to that person so i could totally see you replying to that as latonya um or as this is what you'd like to have standard um was this brought let me just get some background because i'm coming into this with only the email saying that this is what would be happening and then the withdrawal that we'll talk about it instead um was this a suggestion of our administration was this a suggestion by board members where tell me what the context of why we're talking about this now yeah so when i um became the president i realized that we needed to do a few things and i started talking to the board about it and theresa also commented that this was something that she had been interested in doing for some time right and so the collaboration was that we would work toward making it something that was a part of what she thought would be appropriate and what we as the board could think to be appropriate and then to bring it to you all for discussion that's a little different than how i first became aware of it um so i'm glad that you were having conversations with some board members about this i'm glad that you were able to get some buy-in from administrators and work on this i don't think that the concept of having consistency and reply is is my concern but i've expressed those already so i'm content yeah i i think yeah as long as um this is from you and it's a selective um response when appropriate and then we're all we're all you're not sending this as an auto reply no okay yeah yeah when appropriate if you would like to send it i don't have a problem if you want to send it i'm not going to send something like that to you but i know teresa you talked about there was a little verbiage that you had available that you could recommend um as something that they could send yeah if they want yeah so um kind of sort of bringing some of the components of the policy in the plain language because i do believe that what you said laurie about people not understanding kind of the board leadership and communication pattern and all of that and how we can't just hit reply all when a message comes in and engage in dialogue as a as a full board so um some language that really kind of educates uh the community member and that i love the idea i hadn't thought about that prior the idea of the signature line so maybe there's some statements there that just let people know you know we can't an individual can't speak on behalf of the board that the board as a whole can't communicate via email due to some restrictions in regards to the open meeting act and some things that really just kind of explain the process and and why because i i do think when community members email into that box knowing it goes to all seven of you in the absence of seven replies back they might wonder well how come that person or that person or that person didn't so a little bit of education on how how and why we're restricted within certain vehicles of communication but i also love the idea of having the link to the ask a question in your signatures i think that would be greatly helpful because even if you're just writing back to say thank you for taking the time to write in i did read this and i appreciate it having that link there in case they had an additional question and don't know where to route it so i'm happy to put that together and provide that to all of you so that you can take those components and put them in if that's helpful and i think there's also that idea of chain of command and how to understand where to go when you have a question and that i and to make sure that like we can't answer questions that have to do with and we don't yeah and so but but providing those links so that people know where to go to because it's not always easy to find on the website but making sure when you respond you know have you spoken with your school principal here's a directory to get the number so when we talk about giving instruction um tone is of significant importance the you're making an assumption when you've sent this that you understand why they're reaching out right because if you're assuming that they will need all of this information perhaps they know it um perhaps that's not the intent um this kind of creates kind of that again i'll say the word barrier which isn't chain of command because i would look at it more as if this is another venue in which people can reach their board members for example if you were out at a school event and someone said hey can i talk to you about xyz or you made an appointment to meet with somebody and you talked with them about it and they're very clearly sharing a student concern you wouldn't read this as the only thing you said to them and that's i think does that make sense that you would have a more personal connection and this impersonalizes something that i don't think we generally have the bulk to necessitate yeah i think if you if you you make the assumption that this is all they get then i could understand that but it's not going to be all that they get but we need to reinforce um for everyone whether they're what you would like to reinforce let's let's be careful how we're talking about it because we don't we're deciding if as a board we need it okay so what what i'm thinking is that for um what i've seen oftentimes our community members may need to understand where they can go where their opportunities you know to have the kind of what was it on slide number five where you can ask a question and you can put the information in there that's not been available it has to them before no has it i mean um it has well not in this context maybe for like colvid right that's what i'm saying we have had this is very general and that everyone gets an opportunity for whatever their situation is and we you know we talk um and i understand from the work that i did with the district how different communities communicate differently about how they approach how they approach the district these are opportunities for them to have a place to go so we're sharing information we're making it consistent for for them and i totally understand your perspective and why you think that this would be an appropriate way to go and i appreciate your opinion as a board we have a way to work through these which is what we're doing my concern um is that we haven't heard from all of our board members we've heard from some of us yeah my question well there there are days that are different from others and so there are some days where i may get 20 emails from individuals asking me about what to do sometimes i even get phone calls in regards to personal items that they don't know who to go to they don't know where to go and so having to go to the website or however it is i think this is very helpful to help people to direct them however i agree with you that there's always a instead of an auto reply there's always a way of softening using the person's name acknowledging who they are that's just how i reply to emails however there are also times as we all know that we may get a hundred emails in a in a couple days or or even a shorter period of time and it fluctuates the next day i may only get one or two but there are several emails that i get um on and i shouldn't say daily basis but let's just say a weekly basis that everyone may not be copied on and so i think that it's um and some of them are very general easy to reply back to um can i ask a clarifying question do you mean that you get emailed as eugene gatewood at sd 308 or that the boe at sd308 is emailed no no not yeah this is for boe right this because this wouldn't solve that concern that you're having um you are correct so but but at the same time if it's emailed to boe and that's all of us getting it then uh if i i think that it not it's already been said that's why i wasn't saying anything it was already said it's not an auto reply if it gets to the point where it is an auto reply um then i would i don't mind this i don't mind this policy as long as it's not a standard auto reply and i think that we also should also use the name of the person to acknowledge and get a better understanding of what they're actually saying um and and i think that if the email is sent and if it's not appropriate to say hey follow these procedures then i don't think it should be copied and pasted into the email and i'm hoping that she would be able to discern when to copy and paste and to not i do agree i mean lori that we need opportunities to connect with our community and our parents i we heard a lot during the last the last changes with the safety plan and masking that people weren't being responded to and my question is like i responded to everyone thank you free but i wonder like i guess i'm concerned that they they wanted more from each of us and maybe you gave more i there's only so much i can we can say right so how do we get over that hump of you're not we can't really tell you much more than thank you right so and that's kind of my point we can't tell well it is frustrating but and that's going to always be a continual source of frustration whenever you have a group of individuals governing together right so that can't be solved by an email copied and pasted by one person what what i also had found in the times um and remember the the only times we really get the volume of email that you guys have probably experienced as your norm has been coveted um and the scale of the entire time yeah your entire time on the board yeah that was like another year before that um but generally speaking this is not the norm and i know that that's hard to believe and maybe it won't be in the future but it has been my experience that except for covid this the norm is that you'll get a few to the boe um generally speaking when they go to the boe they they have a concern that they'd like us to hear um up thank you for your opinion i appreciate you ali every day um is that your 10 minutes were you stopping it really no i don't want to get distracted anyway so um to keep on the task at hand um if i've if i've now made that effort when i would put an auto reply on and i did actually have a lot of these same pieces available to me when i sat there to do these things during covet because we were getting thousands of emails and it was physically impossible to craft an individual reply i did put that on with links to things very similar to this the response was worse the response for having put an auto reply on was felt more strongly negatively than no reply at all or a simple short reply but having put on that reply that was just kind of a generic because this is kind of a generic which is the purpose of even copying and pasting if you copy and paste things in it's the same response to everyone um which has its good points and bad but what i found is that in our community it wasn't well received it was in fact seen as a detriment to transparency and connection and i had caution against it so based on the policy that we just said if it's not an auto reply if she is replying to all of them based on the context that that is being uh based on the context of the email that's being sent and it's personalized based on that response to ensure they have contextual knowledge what other objections do you now have with the with the project i don't think that it needs to be a requirement for her to extend that on behalf of all of us one two um i do get concerned continually about sharing information via google docs that are shared um we've had conversations in the past on whether or not with this board in the past on whether or not sharing information in such a way is in fact well that's what i think this was talking about with this spreadsheet right it was a it was a view of you only of the forum as it came in and ursula senate right so you would have no way to contribute to the form why would they fill out a form so the the point of the form is that it would go to ursula so that if the person is asking a question about totally discipline or whatnot then she would forward it so i'll use it a covey example if someone think came in about kovid she would forward it to me i would reply copy ursula on it she records that reply there and then what that allows us to do is see these are the kind of questions that people were asking that they didn't know where to direct and so then we can take some of that information and use that like theme idea to either create an faq on the board page or use that information to feed stories in the parent newsletters so that we're trying to stay ahead of some of the questions that are coming in again these are the questions that aren't your questions to answer it's the ones that they just didn't know where to go no i understand so here here's the point we've talked about this with the surveys a little bit ago and i'm not going to belabor this because if this is the will of the majority of the board then that's what it is and i can disagree that's okay well i'm still waiting but in any event let me just finish by saying it's we talk about not serving people not asking people for more if they've already given us an email the likelihood of filling out a link very often decreases um so if we're now using this and saying well they didn't fill out the link and can you talk in the microphone please the link was just a way of us getting more information yeah i think like for me um i would want to respond to every email so that our community knows that number one their information is valued that what they're sending us is important because we take that information each of us when we read these emails we are taking them into meetings with our superintendent we're taking them into meetings with each other we're taking them to places where they can be heard and that's just the message that i'm trying to send along with other helpful information that empowers our superintendent and the administration to do their job as well so if if you feel like maybe the the language needs to be softened i can work with teresa on that or i would well i'd be concerned about a couple things one um the content of of the email if it's going out on behalf of the members of the board we should be crafting that together rather than having it sent to us two i'm really significantly concerned about using too much administrative time for our own plans on that and i know that we've utilized each other's skills for these things in other areas and i hesitate to add more to an already pretty heavy staff load um for our own sake on this and three i just i i simply feel like if this is what you would like to send people that is great there are some things in here that would be useful for everyone if we can tag them on fantastic but i think that when it's not a policy that we're creating it's a process our policies don't state how we will reply or when we will reply or that we will reply this is an effort to go beyond and the effort shouldn't instead put up an unintentional barrier so that's just that's the last time i'm going to say it but i know we haven't heard ally okay um and then we'll hear from jen i don't i just i i would caution when we say we um true okay i mean yeah it's true it's at the end of the day if the goal is to get more information to teresa then well what's the heart well i mean at the end of the information to us to get themes to us to get but if they're not the goal is to put them on the website right to kind of preemptively kind of answer some of these questions i think that's like step two then let me ask this why can't we just add her email to the board of ed yeah to the group thing so that she can reply she can actually so that she can just kind of see the questions and without requesting them most of them are administrative related like we're not going to be able to fix what they're what they're asking about or concerned about right i understand that nobody's heard nobody's saying this is kind of brilliant that's why we see themes then why not just add her onto the tag around right so we do have ursula dr sparlin i believe you've been on the boe were you on you dr sparlin's also included on that um and this is how the process has informally worked i don't mind having something more formal as an expectation um but this is this is too much i i i like the idea of adding teresa onto it as well if that's the goal that you're trying to achieve and would you create the signature still with the links that are within here yeah i'm absolutely able to do that and we can put the link to the ask a question right on your board page so before they even email you if they just want to submit a generic question we can put it there it doesn't have to be just within the email but yeah i'm happy to provide and then that way you can pick and choose what you want and feel comfortable using either in the body of your emails or signature sounds great absolutely and dominic should never be afraid to respond to anybody about anything exactly yeah i just want to make sure that this wasn't uh yeah i don't know the intent i mean as long as you say you're speaking for you and not the whole board no yeah oh definitely and i think that that's that's a standard practice amongst board members i think is to say that when i'm replying i'm replying on behalf of myself even as a board president i would clarify when i was speaking on behalf of the board because those circumstances are limited and sometimes you're applying as yourself as an individual board member so clarifying is really important i i have nothing i just have a lot of thoughts but we can talk about it this is just information okay thank you guys for the conversation all right let's see item 9.4 is an informational item on an intergovernmental agreement with valley education for employment system dr kincade our executive director of high school and accountability is here to walk you through this answer any questions you have on valleys so good evening we are currently involved with valleys through an intergovernmental agreement uh valleys is the valley education for employment system they're the regional delivery system of cte programs in the state of illinois so their focus is really on strengthening cte statewide illinois school code requires an iga the last time that ours was updated was in the 1990s so um we were provided the iga that you have now received from valleys every district within valleys is required to adopt the same iga we are currently in our regional um organization with 17 other districts including fox valley career center indian valley vocational center and the plano area special ed cooperated the focus of the iga is really approval and oversight of the operating budget which includes both ctei and perkins grant funds also talks about assessing and evaluating the requirements of the reauthorization of perkins 5 really focusing on program compliance our values also structures our advisory committees of which our staff participates in as long as well as professional learning most recently we had both students and staff present at the county-wide institute day and then valleys also on behalf of the districts within the collaborative works with post-secondary institutions mainly wabonzi to award articulated credit for the students that achieve a's and b's in approved courses so really the focus you should have in your board packet not only the updated iga but also a redline copy of the iga the new things are focusing on the reauthorization of perkins five so it includes things based on the programs talks about the programmatic data review that we're required to do for the state of illinois also references the local needs assessment which is required for our perkins and cti funding we have recently completed both the pdr and the lna and then also references the program realignments any questions i just had a conversation with somebody talking about this service being provided in will county for a specific like a vet tech kind of pathway is this similar to the will county offerings that offer these different kinds of technical education paths yes so we offer courses in all of the different career and technical education pathways our students we tend to send students in cna and also emt they go to fox valley career center so our students have the opportunity to attend the career center we try to right now though offer most of the pathways within our our own schools so but yeah anya had had you participated in this i thought in some way shape or form you did the cna program uh yes i did it through invona healthcare and then i got my state certification in uh i think july of 2021 and did you were you able to take advantage of that through something you'd learned here um was it do you i don't know if you would know necessarily where it came from yeah that you had the opportunity i do know that i think like yeah the school could do like a cna program but i personally did it outside of school just because i had more time during the summer that makes sense but yeah thank you but it's an important pathway for kids who may not be headed to college it is an employable skill i'm sure you're in high demand once you graduate at some point no yeah it's definitely helpful i'm glad like because i know a lot of people have asked me about it because they also want to do the whole cna program they don't have time over the summer or they can't afford it and there's a lot of other factors so i think yeah i think it's really important to have some sort of foundation in schools thank you i think you covered the question i had but just if you can uh for the community explain cte cti all the acronyms that you used so absolutely um cte is career and technical education so we are awarded two different grants one is a state flow through and one is a federal so ctei is our state uh grant money and then perkins is our federal so the state and the nation support strongly supports career and technical education where we provide additional funding for culinary for woods for autos for engineering for our childhood it helps run our preschool at both of our schools so we are able to not only support our students through both professional learning for our teachers and supplies and materials we just replaced a bunch of the appliances at oswego high school for the culinary program we're able to use the funds to update and really have relevant access to technology we replace devices in both our graphics program and our engineering pathways so it really affords us the opportunity to make sure that we have relevant access to industry-based technology we've been able to [Music] award and pay for some of the industry credentials we currently do osha 10 and the pro safe so the safe sanitary sanitization certification so we really try to align our funds to really the student needs to effectively run programs very cool do we still have the acronym list on the website for all of these things too we can link it in our board emails yeah the answer yes we do yeah i thought so i know mrs croner had been pretty adamant also like you when she'd started that this is a lot of acronyms it is i mean it's in the document that it was provided but putting a plug-in for the acronym list on the website is what i'm doing thank you dr k thank you i have 9.5 as a first read an update on five policies are there any questions on the five policies that have been presented to the board this evening i do want to point out that the board or the committee suggested expenditures in excess of 20 000 instead of 25.
so much better for them to start if they had incentive study hall they could choose to stay home and start even 45 minutes later so almost you know much later start for them to come in at that 8 52 time what i've got laid out here is for you to see four different samples you see a student one sample this would be a student that would take academic advice for his first period and then they would have of one two three four five six classes which is one less than they currently have so currently our students have seven courses to select from we're proposing that we go down to six courses but have the choice to take a seventh we believe the win-win is a our teachers get more time our students get a little bit of choice so students can either choose to a if they have the incentive to sleep in b leave early because we'll have a a at the end of the day so they could leave early students could choose to take an additional course and not an aaa so they could pick up their seventh course not take an academic advisory at all so that would be an option for them or students could choose just to take the six courses and then also take that academic advisory especially if it was a need for the students to get additional support in curriculum council today one of the teachers at the high school spoke about the advantages of academic advisory for some of those students who maybe need assistance it provided her time to work directly with that student they could be scheduled into that academic advisory those are the students that our counselors counselors would make sure had aa the ones that maybe are struggling all the time to support them i know dr nolan has talked many times about pushing kids too hard maybe taking too many ap courses trying to find that balance i think here for students that maybe are struggling in a social emotional context or other contexts where they just need to take not such a heavy load this provides that opportunity too our students who do work based learning could marry up that end-of-day academic advisory to be out for work based learning in our programs that we do regionally like our automotives our welding our veterinary science we do uh one two two which is one period for the first introductory course they take and then two periods for each of the next two level courses so it does it would either allow them to take six periods seventh period for work based learning and stay out for academic advisory for additional work based learning opportunities uh so it does provide a lot more flexibility students that travel to ecc a big advantage for them as well because it would provide them a travel time because the academic advisor at the end try to schedule either the beginning of the day or the end of the day so some advantages to our teaching staff any questions specific to this if you look at the schedules you can kind of see how we're laying some people in getting an academic advisory in six sections some are getting seven sections you also see the teacher one sample where you see that plan at the beginning and the teacher to it plan at the beginning so you can kind of see where that rolls up and then throughout the course of the day they have their other plan to make up for their 90 minutes of flying time from a counselor's standpoint do we have any ability to not even have it handily but say hey we're seeing x amount of struggle whatever that means if that's a gpa if that's the most recent gpa that says we're going to require an academic advisory yeah i think they have some students currently that are marked for would be required for academic advising outside of an iep which i know sometimes obviously so outside of that kind of requirement or part of that plan okay yeah we have a list of students who are definitely struggling academically this year uh maybe our target for graduation those students we definitely would require an academic advisory for those students to try to get them to make up the difference to get them graduated in that scenario you're saying that those students would drop down from seven classes to six classes and um okay um so in this scenario though like um if a student wants to take uh six academic classes and pe is mandatory um then then they wouldn't they would lose the benefit of the academic advisory correct pe is mandatory unless they're a junior senior in a sporting event and or in a marching band uh which they could receive uh exception you know that exemption from pe so i spoke to one of the counselors about this and uh he wasn't clear about um what's how that would work um which would work the exemption exemption we do that now so right so he wasn't clear about it right so i want i would like to understand it um if if a student plays uh football you know like uh is he exempted from pe for just that football season or for the year not for the year for the semester this semester because remember semester courses right right but then what would you do with basketball and wrestling they could go both semesters i think it would depend on that would be a choice by the counselor the student the parents there'd be a conversation i think it depends on when it's running but basketball usually doesn't start till i mean it's like november-ish right it's getting close to a second i would say it's probably second semester more so than probably first semester my guess is that's what the flexibility if you do basketball then you could probably either take it off first semester or second semester so it's it's it's a it's a it's a decision that the student parents and counselor would make i would have to ask the high school but my gut would say that would be accurate because you're kind of sitting in between there and i don't know i i would have to ask her administration softball one softball they let him do second semester they think on the fact they're gonna make the team but that was second so that was the second semester sport this is a mid year but you still my point was you don't know that you're going to make it right that's why you take the same leap of faith in the fall they do get the pig and you get one for sports if you do two sports you could use both semesters presumably if you wanted to remember yeah by school illinois school code you can only be exempted for athletics they've narrowed it and banned okay so now uh marching band oh i i'm sorry and then the other thing was um uh i was told that um if you're exempted from pe that you have to add a class to that as opposed to it and because that that's you know for my my vote if it's up for a vote today that's really important because the way it was explained to me was that if and i'll just tell you for example in my kids like they take seven classes p included and their ap classes i like the academic advisory because you know they're very bright kids but they still benefit from aaa if but they're also athletes so if they are exempted from pe but then just saddled with another class then it takes away from the whole point of you know being exempted from p i mean if they're going to take another class then from my perspective go ahead and take pe it's it's a nice way to wind down if so i'm asking the question is that required that the pe be replaced with with an academic course no so as long as they're taking six courses um they can take seven if no academic six courses with academic if they have the exemption they do not have to take pe they could take another course in place as long as they have six courses got it got it okay thank you but they need to have six courses yes that that part yeah that's the menu that's the magic number okay sounds good what's busing look like busting is the same as everything so basically uh currently we run three routes in the morning we run the high school then we go back and pick up middle school and then elementary um in the afternoon we were at high school middle school together so high school middle school run together because they come the same time middle school starts at 8 12.
we've only won the dueling conference once and then we won sectionals which was a first time ever for crown point gymnastics as well we live or we compete in the hardest part of the state for gymnastics for the sport of gymnastics i always have a great team i've been the coach for 21 years and i've had a great team every single year but it's really hard to get past you know chesterton and valpara usually the powerhouse with uh you know it could be portage one year it could be lake central one year could be us one year but um you know it's really hard to be at the very top at the state championships and we one-handedly over homestead not even close and then you know belpo was third so that was pretty sweet because the only one because the only loss we had was at regionals and it was at their place on their terms on their rotation and we just had to kind of go with the flow that day so we know how that we did great every every meet we competed in this year it was just so exciting this team has brought me so much joy and so many thrills i can't even say it was probably it was definitely the best year i've ever coached and the most fun i've ever had with such a unified team um yeah it was you know it was super fantastic and we're so proud of all the girls and we're so happy that we could bring it home back to the region and it went to the the ones in red not the ones in green [Applause] three three seniors there's four yeah i don't know coach that's uh oh it's okay four seniors may you need to be back here next year oh they i'm sure they could lend a hand yeah of expertise and confidence that they brought to the team that's for sure guys uh amazing accomplishment has coached that all the first and you know setting a standard like that's that that's my point forcing john and congratulations best of luck and now uh everyone else knows what needs but the hard work accomplishment we all we all know that there's a lot of hard work and as dr terrell said earlier we all know that the parents contribute to a lot of hard work and travel and practices and so it's not easy but i hope the reward at the end was worth it to everybody it's an honor for us to have you have a state chat i'm still pinching myself that's for sure still on cloud nine still shedding a tear or two here and there throughout the day mr marsha nick would you like to anything about team just like to congratulate all of our our girls and coach pesch on just an amazing accomplishment it's no small feat to win a state championship in the state of indiana uh you guys accomplished that and i just have to say that uh i was lucky enough to be able to watch you guys compete a few times this year and also just in walking through the gym and uh seeing you guys practice and uh i'm just amazed it's such a physical sport it really is it's a physical sport with a lot of pounding a lot of jumping a lot of landing a lot of moving around on the on the bars and then bouncing on the beam and i've asked the girls a couple times i even asked them when they're out there i said you ever worry about falling you know when you're doing these amazing flips and going up and i watch them i'm thinking wow look how high these girls are they ever worry and they said yeah we do worry a little bit but you know you just kind of got to do it and you get past it and i think that shows the mental toughness that goes along with gymnastics and the years of training that you guys put in and the coaching tutelage from coach patch so just how impressive that you all are and in the training that you've been through like mr warner said and you're a great example of the talent in our school uh because not only are you fantastic athletes who achieve at a high level but you guys are all fantastic students as well and you make us very proud of everything that you do and all you're all you're all pleasant nice people that i enjoy seeing at school every day as well so uh thank you for all that you do and for coach pass and uh for all the work that you put in but girls we're so proud of you and we just we really believe in you and think that you've done great things for crown point high school and uh just again you're appreciated and valued so thank you thank you nobody does promise if you make it back next year of all your last names about horizons right right right and uh one more thing i don't want to leave out sure here um mr gillis mentioned we need to speak into the mic otherwise it's just oh no okay i just wanted to also say that um michaela neal was a state vault runner-up with a 9.725 and ellie kieran was our first runner-up in the all-around ever in in the history of crown point gymnastics i've been looking back and making sure that i keep track of of the sport from in its its inception in 1972 and she is the first runner-up in all these athletic years our athletic director mr darula would have definitely been here to share this with you this evening but he's at the state athletic director conference right now so he couldn't make it this evening continuing on doing gymnastics in college yeah my wife and i had the opportunity to attend the regional meet and then also the state meet and i can say that i went down on the floor and knew a couple of the individuals on the executive board for ihsaa who were all there as well as brian you might remember k rank and she has announced this meet for as long as she can remember and their comments were about how great our girls were your attitudes the way you interacted with each other with other teams so we're so happy about the state championship but that part is as big as anything and i've got a confession to make so we were there at regionals and saw that team in green pull it out they were right in front of us on this rotation and this meat went forever at the state meet but that team in green was up on the uh uh they were on the floor well they were on floor but the last one that you did on the the beam the beam okay and so one of them fell off the beam right and i did one of these yes and my wife like elbowed me like you can't do that yeah and i was like if it had been basketball and they missed a free throw he would have been cheering right so then i think they had a second one fall too right and kind of sealed the deal yes at state and uh at that point in time i kind of got away with that one so ladies congratulations we're so impressed with you as far as being individuals and being young ladies and the way you represent our schools and our community thank you very much [Applause] okay adam three you have the public hearing um we have a motion to suspend the open meeting so moved to suspend the regular meeting and open the public hearing on the
