Well, good evening everyone. This is the Graten Board of Education, Finance, and Facilities Committees meeting. It's June 2nd. Um, it's 6:06 and we're calling the meetings to order. in um on site we could have Washington, Susan Austin, um Rita Perak, um Samuel Patrick, myself and then online you have David. So that's um three board members and three administration. Um so second item on the agenda is to review the May 5th 2026 meeting minutes. Um are there any corrections today or differently? >> She listens and carefully >> um since there are no correction the minute stands as distributed. Um, Vita. Um, moving on to the director of finance. Um, and as I've said in the past, you can either vote A, B, or C. I have no preference. So, um, I guess pick your poison. So,
I just share my screen and set them up according to the agenda. Perfect. I think if we can make it then >> a little better. 100 and then there's a plus sign next. >> Yeah, that's perfect. We're good now. And look at that. They can adjust their Okay. So these are the financials of the general fund as of May 25th. Little bit of things from the last month but is coming down. I mean available the balance is coming down numbers are going up. Um but this is after our deadline. So the only thing that um may come in and may still be incumbred is um special edition. >> Tuitions. Yeah. That'd be fascinating from let's see >> but you can see where the non nonboxing funds from 25 are going to be needed now >>
to cover some of those expenses. >> Yeah, because last month I believe the main balance was 800. Yes, we did. >> So um >> very high level like what changed between the eight to the two? So like 600 of additional encumbrances or actual state some actuals and some departments were encumbering the rest of the funds like athletics and things like that >> and the schools. Yeah, I'll I'll explain the um I think we didn't have all of the encumbrances for utilities. I know there was a $100,000 one that wasn't in there as far as we have us having to increase the oil >> and that's under the 600 supplies. >> Yeah. And then it also looks like um other purchase services. Is that where the tuitions would like? That's where transportation. So special ed transportation
is over. >> Yeah. Both special. >> Yeah. >> And 600 supplies is our utilities too. >> And also other school supplies that they were >> um they should have the balances. Yeah, I could see that. Like then if you dove to um account number um 632, 633, and 634, you could see it even with the proposed non-waxing fund transfer, it's still um higher, >> right? because I put next to it how much you have planned in voted on for using um you're planning on using the 100,000 for fuel 60,000 for the gas it's still going to be much short around 3000,000 so I know you have I know you had added some for the budget for next year so that's just something that we're going to need to um out for next year. >> Um,
but for >> when you have like I don't know 628 of you drinks and then you had the food service debt. >> Yes. So, we're using the non-lasting for that. that's not in Humber yet. That $20,000 that we're going to get to um it's going to come from that line, but the money's not there. >> Okay. And we pull that line, drinking. >> Well, I'm just going to eat food >> food. >> Someone named it. >> I don't know where else to put it because totally different like objects. We have milk and munch and Now is it only 20? I thought it was >> last year. >> Oh, last year. >> Was it last year? 25 out 25 is 20,77 >> and it'll have its own function of 30,000. >> So that um because I
have to report to the state if we give any money to the food service. not only ahead of original budget original budget that's what we budgeted >> that's what was in July that was originally voted in July I don't know if we ever did the budget book with the cut >> I'm not sure but I just know that's what voted into >> and then current means means they must have transferred money if there's a difference >> okay there's a difference that means the bud there was a budget chance for the year in that line. >> So that's why they're doing different higher or lower. >> So if it's lower, what does that happen? >> They took money out and put it somewhere else. >> If it's higher, what does that mean? >> You do more
money there. >> Put more money on the plus sign. >> Right? So if we look at, you know, gas, we have to put more money into it because it went from 469 to 54. just you know >> now when you do next year's budget when you look at um what we have to be spent this year I mean can you make any adjustments >> next year's budget will be loaded as is once we determine where the 800,000 is coming off of >> it'll be loaded just like the budget book except for those areas that decide. >> So how do we make adjustments like say at the end of this year we see a thing let's say gas for >> yeah say it comes in higher or lower we have to move money from >> can
we do it right away or you have to wait to be there very slowly >> I'm just waiting for the final bills and some of the guests some of the utility companies I'm greatest at getting these estimates even an estimate I will be fine but with an estimate through June 30th I'll put it in because It's something, right? So, but um ever source, you know, typically get it until we're giving a July or June. But what I'm having my staff do is make sure we have 12 months. We have 12 months of build. That's, you know, because we're not going to cut it off exactly at 6:30 and do full. We don't get that detail. It's 12 months of detail here. Does >> that make sense? Yeah, >> because you know some bills are stopped
on the 15th. Some bills you everybody's bill is different on the 5th or the 10th. >> I was just wondering like if you know that some areas were shorted already. >> Yeah. >> If we can make their adjustments right away. >> So I do have more budget coming next. >> It's getting pretty long. I know. >> 20 million. >> Oh, it's 20 million. Yeah. >> Yeah. But I'm really asking, can we do that in the beginning of the year? >> And can we do it in July? Because already we know we're short. We're going to be short in gas. >> So right away when we look at other accounts and say, >> "Well, Sam, you're not going to get your truck. You're not going to get anybody." No, I plan I think that's a good
idea, Beth, is in July, you're gonna talk to the directors and say, >> you know, we were over in this area. Let's move it now. >> Yeah. >> Know >> there's some certainty. >> Yes, there's some certainty, right? And I also still want to continue on the line of condensing some of the objects because there's too many objects counts. We call it accounts in here. There's too many. They're being used as functions. When there's a function for special ed, we don't need a function of 615 special ed supplies and there's already a function for special ed. We know the supplies of special ed because of the function. So I just think enough >> I was gonna say I I just think we have way too many especially in the Philippines if it's custodial supplies it's
custodial supplies if it's a or something for HVAC versus something for plumbing still maintenance maintenance and maintenance to me I don't think we should have multiple multiple accounts because Then with transfer is like crazy because we don't know how much how many bolts we're going to buy one year and how many you know um pipes we got to replace. >> Yeah. And it makes sense. So for large clippers amaz but like for here no because we are not managing to Sam's um productivity on maintaining >> we're not always cost the county >> we're not saying how much did it cost the to make right >> yeah so yeah so if we were in that mode then yes it's good to track your expenses because then you can predict and make adjustments and be managed. But
>> what the state wants to know is how much did you spend in maintenance? How much did you spend at solar? That's what they want to know. They don't want to know how much did you spend on eight stacks of five and plumbing to electrical. And if we were making decisions at that level, they something else, but we're not. So, um yeah. So, I think they're okay there. But they Thank you. Um yeah, I'm all for simplifying um accounts. Um it is a lot. I think I'll increase the transparency and help when we switch over to the new accounting system. So thanks for looking at that. One of the things that I was curious about, we had uh problems in a previous year where we got some invoices from STA very very late. it actually
fell into the next year and we had to go back and apply funds from um uh a previous year um you know which is always tricky. Um are you finding that they're billing you on a um on a consistent basis now? Has that been corrected? >> Uh no I do feel that STA's behind I should have brought that up as well. You know, there's some vendors that we have to hound. I'm gonna be honest. And we'll be hounding them because um they are slow on their billing. >> Haven't you said that if they don't get it in in a certain timely fashion that they won't get paid? >> I have, but unfortunately, if we know we're missing the whole >> Yeah. >> Right. >> I'm going to on the last day of school say, "Where's
the month of June?" you know, if we don't have May, where's May? So, we should have May by this week. Just making, but I do know they are >> they they tend to be a month to two months behind and they they can't do that. And I will be emailing their, you know, CFO and because I can't close the book. Last year, we made sure that every invoice was in. why it did take us longer to build the books, but we made sure that we had everything in there. I think when if regardless like who we negotiate like our buses with, we need to have like um like a payment discount and like billing put in so that um so that we can meet our deadlines. So just put it in the contract that um
they're going to go us within 30 days or 15 days or whatever and um so that you can at least have that on contract right now and who knows maybe it's there and it's not a problem but I think you would have noticed that but we could put that in our contract regardless if we even if it is done um so thanks for asking I will we will be on top of it then we know we will pass through April right now. I mean, incumbrance is there, but it doesn't mean it's that accurate. I won't tell until I see the English, >> right? Rita's already done that in CCP so that I can follow up with >> some of the reaching out because June 2nd and you know we want to make avail because they
want to get paid. You would think you would think right because they're basically us. Um, so again, um, I know they're not WB Mason. You can't tell them, "Hey, we're going to buy paper somewhere else." But by the same token, they need to realize that with governmental accounting, we can't use next year's money to pay last year's bills, uh, the way they, you know, the way they can adjust things in in the business world. And since they work with other towns, certainly, you know, they understand that. But um the other thing is I know in the past it's been a challenge is um all of the athletic uh buses. Now I think one of the things that you instituted was um you know creating purchase orders and things. I'm just curious to hear how that's
going. Every time they schedule a bus, are they doing a purchase order? And are you able to encumber uh those funds better than when we just sort of blindly ordered all kinds of buses and then the bills came in three months later? Yeah, >> I think I think they're getting better of them. This report doesn't reflect all of the um all of the most of them, you know, but the deadline was the 15th. I ended up extending it another week, May 15th, ended up extending them. So I do feel comfortable that we have it all encumbered because I've been working closely with Mark and >> saying do you have all the spring sports encumbered even if you anticipate going to the states? Do we have it in there? We have we have an estimate. So
I've seen those um requisitions come through. Um so I know I've approved them. So I know there's something there for them for if you go to the states and and things. So, I I feel pretty comfortable and I think they're getting the hang of it now. And um I told them starting July 1st, you get your budget, start encumbering, you know, for the year what you really know. >> And and I think I think they're getting it. I do. I do. >> And they're going to have allocates, >> which is our budget module, so that they can look at it anytime they want. >> And they're going to be responsible for looking at it. >> Yeah. So, I think it's going to be I think next year it's going to be better. >> Well, along
with all the other uh things that you've instituted, I'm really happy to hear that this is in place and working. Um because just sort of spending money blindly and then anxiously waiting for all the bills to come in is not a great way to plan. So, I think it's this is one of the just one more of those processes you put in place that uh put us on a much firmer foundation. And so I want to thank you for that. >> Well, I am nervous to get all of those. I just want to get all those but thank you for that. You know, because I do I do plan to, you know, be transparent going forward every month. The two months that may be slow July and August when we're closing the prior year that
may be slow is getting getting um financials uh you know for the new year because we're closing the year. But other than that, you know, I plan on meeting with the departments regularly so they're comfortable. I think it's, you know, training lot and right like we want to manage expenses and stuff like that. Um just a suggestion, right? And they're not following our policy, right? Like it needs to be in your review that any expenditures that are generated without a purchase order and does not meet the expectation of emergency will be written up or expectation or exceeds whatever. That's why it's a different because if we don't do that then it's never going to work. Well, they're making it work because we >> Well, yeah. >> And I think that I think they're getting my
deadline like resetting those deadlines this year. I think they're realizing that, >> you know, they're Leo and I did let a few, you know, I had a few exceptions, >> but I said, you know, next year or if this doesn't come in because we're doing it this early, so that the stuff comes in on time before June 30th, if it comes in July 1 or July 2nd, you're paying with it with your next budget. >> Yeah. So, they know that. So, I think that made them scramble to get everything in >> and hopefully get the stuff in. I mean, it's coming in in loads right now. >> Yeah. >> And we can help them and make that try to make it work. But if you're not working with us, then you definitely need to set
like here's the expectation because if no expectation is set, I feel bad for you because then you're just like constantly running up against something. And so we need to put support places in place so that Vita has a leg to stand on to say this is our policy and this is our regulations and this is where you're not meeting expectations. So >> Oh that is absolutely happening. We're working together and Rita's given school support. she's getting central office support >> and um departments specifically so that they are understanding it and they'll come to her or they'll come to me if they have a question. Yeah, I think I think going as well as as it >> No, we just need to make a finance facility have processes in place to make sure that Sam and
his team, right? Like we can run. It's all connected. I mean, we get to the rest of the agenda, but it's all connected. >> Yeah. So, that's the other question. Like on account just you know stuff about the money on account 102 right education what does the C stand for and like 109 is athletic director O what does that stand for the O I I thought the C symbol clerical but I'm not sure I don't know what the old stand for >> Yeah because it cuts it off because the title's so long. Um >> what page are you on? Are we talking >> page two account 101? >> I think the C stands for certified on the 102. >> Okay. >> And the other I think athletic director it might be other you know like
other directors might not just be the um athletic director that's in that column that's in that salary line 108. >> I think that too. I have to check with that old >> because I I remember when Mitch saw that salary he was >> but I thought in the budget there was a um >> um you mean no the um like coach like a um director. >> It's the medical person who does who is all the games. >> Yeah. >> Athletic trainer. Well, she's the athletic trainer. >> Yeah. >> And she works year round. I do want to work on these titles because things get cut off in in refinance when I just put them in into Excel, you know. Um, and some of them are frustrating because it it'll take a lot it'll take me
time to fix them >> because it's it multiple multiple lines. It looks sort here, but it's not sorting button button. Like when it says something not found, what's my favorite one? >> Title not found. >> My favorite one and I don't know I have it. It's like um I think talked about in budget. It's in the other category other other and I'm like since it's other other we can get rid of other other. >> Yeah. When other's over you're like what is other? >> And then the other then the subcategory is other. So you're like okay but >> is there anything that we should be concerned about? My concerns are special like getting those, you know, transportation invoices in and the um solution invoices, you know, all the OCP services because they seem to come
later, you know, they seem to be a couple months behind like Jay said about the SDA back same and I know they change, but um I don't think they that often you everybody has at least one IP that is pretty much for the whole year. Maybe one or two has to you know but their services should not change. So you should be able to uh get those invoices and pay them out. Were you surprised that account 563 the status was what was so much I think originally in the beginning of the year we took some out because we thought there wasn't any placements and then there was some budgeted but we removed some original budget really low >> yeah 563 was almost 400,000, >> right? And at the time, like I said earlier in the
year, we took money out thinking there wasn't any placement and then they get state place. I mean, it's it's it's hard to really under the original budget was 390,000. Well, right. And uh >> but year to date >> and we took money out of there >> out of the 193 areas. We didn't put it anywhere else but Swiss. So the totality the ended up being over. >> So the original budget was 390,000's current budget is 53. >> Right. So that means we took that. Is that what you're saying? Almost 340,000 >> because we did it in in another tuition account and it just feels like it was flip-flopping all year, you know. >> Yeah. >> I'm not sure you about special ed. It's one of my projects of looking at how everything loads because I
feel like there are some there's some improvement to be done on getting those incumbences accurate earlier. Thanksgiving when you look at the five years was back in November or October there was no incumbrances thought oh we don't have places >> and then all of a sudden you get a big bill >> 100 you know it just happened >> these things a lot happy sitting when they anticipated That was that was yeah that was somewhere where the budget got cut and and I moved it to a different location but it was in 441 >> and there was nothing in nothing but very little they thought I mean I'm thinking what they thought was rentals another we didn't need it >> we needed more and I think this year's budget but FY27 7s copy I believe especially
because we're really going towards no paper in my office. We're >> trying to use less paper everywhere. We're trying everywhere. But um yeah, >> except sometimes in primary classrooms, they still need paper in other places. >> And maybe if I think of it as um 40 plus binders for our counterparts, not just >> Yeah. So maybe we give hard copies to like the education committee or something and then all the other committees and have fun or something >> like the rest of the >> and those committee and then all the other like heads of other committees >> all the members even >> they get digital are trying to save money where they get thinking about it. But anyway, let's continue on. Um, >> one more question. >> Oh, the beam account 108 beam coordinators. Do
we have a beans? We have a part-time math coordinator. Yeah, >> the salary is probably similar to a >> right >> probably in the contract as being >> what number is that? >> 108. >> Thank you. So hopefully we do have remaining balances for um non-waxing for next year. Hopefully um you know excuse us going over some funds for 2016. Okay. You know it's it's fluctuating the day but be okay. Jay, do you have anything for VA before we move on to the next topic? >> No, I think we're all set. >> Next. >> Two and three. Three and four. That's >> France is three and four is do the entry house. >> All right. So yes, we use these regular grants in EVMS. >> We are closing out grants every day that need to
be closed out. >> So this one needs to be closed out, right? >> Yes. >> Well, we've applied for part two. >> So far we haven't heard >> we haven't heard yet. >> So we got close out. >> So we got we have a lot to close out. Yeah, we are working on that because the state deadlines June 12th, we fill the funds down. >> Amazing. >> The only question the grant section is um um seeds plan. Yep. And we're still favorable 47,000. Right. So there's a seat loop insurance for 30,000. Yeah. Um, my staff is making a journaling decision tomorrow. >> Okay. >> I put it on his desk for that's health insurance. So that comes back to the board. >> But um, so once that comes down and and the FICA is not
encumbered. So the FIA is spent out when you've been on salary. So that's a just a FICA. There's no encumbrance for the FICA, but we're going to spend all that FICA. And are we making adjustments for the tutors then too or 12 11 year 116? Yes. What happened with that is when I ran this report I had so I did a revision on this grant but teachers in it because the special ed teacher got hired so late in the year they didn't make um 100,000 50. So I had to do a revision and their year to date salaries got in there but their incumbrance didn't get in there. It should be in the next report that 11,000 will be paid out by the end of the year. >> So what's happening to that special ex?
>> Well, she was prorated because she was hired like January. She's still here because we get this right next to her. >> Oh, we get this right next to it. >> Yeah, this is a two year. >> Oh, okay. Because this says six >> because this this one ends and then we get a new one. >> Okay. >> I'm pretty sure they're the same. >> Should be in the >> correct. Yep. >> Everything else is saying that the tutors they'll all be carried over to >> the the tutors were going to be in the tutors are going to be in the board because next year that that teacher is going to make the full salary. I had to move them in this year. So we actually gained a little bit >> but that's already in
the budget. >> It's already in the budget for.7 years. >> Yes. >> And we do this too. >> A big tip. That's too much clips. I like the paper ending. I say definitely the benefits. I wish I could enumber all the social security but that's a lot of it. >> Yeah. And yeah, because it's always sad to leave money on the table. So that was the only one like the rest of ending next year, right? Yeah. >> Yeah. >> So it will be spent. >> Oh, >> yeah. >> It will be spent before the 12th because or at least in Humber so that I can show them it's in Humber. We're going to send it. And they do require us to upload a report. It's like does this one have the office? The construction? I
think it's at the bottom. What page the bottom presence Well, I know that out of the 600,000, we're doing a very good job to get that spent down. >> Yes, we just did a revision and I tell you how much away. It's just I think okay is on page 11 >> we have um total report the available balance how is the going to spend. >> No, that's where does it end? It says when >> 62 I pronounce this. >> 11. >> I'm telling her that's the total. So that's like the 47 that we just talked about and then the 50 in for every winner. So that gets us to 95 of the one. >> If you ever have a plan, have they been that way? >> That nature everywhere. I believe that is not in
the I think that end date is on that. I have to fix that end date. >> That sounds like a good point. >> That's a that's not from ETMS. that is an out you know it's like godia it's a different um organization I think it's >> is it is it the outdoor people >> I want to say something yeah I don't think that I noticed that it said 626 and I'm pretty sure that it doesn't invent 626 it probably >> and Shannon worked with um the robot robotics team to get them that thousand grant and they're down to $38. So they did a pretty good job >> by friends >> and so these mental health and also >> all and we're not going to get it anyone. They're done. What about did they provide any
service these plants? >> It was only supplies. They had um summer stuff supplies mostly and I think they provided one into the board. >> Yeah. For the summer for um ESY. So, it was it's caused us some efficiency the past couple years because we were able to offset those costs in the grant, >> right? >> And ARBs, I know they were working on that right to read grant. There's $100 left, but I think they put in all their purchase orders and gotten and they're collecting all their books. So, >> it's going to be brought in. >> Yeah. Okay. Making sure they're all the >> start. >> We know it's getting spent >> and Sam's gonna talk about >> Sam's too busy. Yeah. >> No worries. Um, all right. So, Yeah, the body transfers. >> You
did the Dodia and the do, right? >> We didn't do the treehouse. We really have to figure out how we going to what we're going to do with this 93,000. >> Treehouse or maybe >> I think I wrote about that and talked to the board about that. So, I think I stated that they use a lot of they use a big piece of that. If you want to know the answer to what they're going to do, >> y >> the summer program is um really where we recycle a lot of that fund. Mary Morrison is going to be a startup. So, we're going to get that rolling. And then I said the roots program, all we put in for the application for the grant, we may not receive it till mid year. So, he's going
to cover so we can continue with the middle school roots program and he's going to offset that with treehouse funds. So, he's got kind of three three-way project. The summer project, the Mary Morrison project, and then the roots project. So, he's reinvesting in Treehouse with those funds so he can take care of more students. house. The treehouse is estimated at $600,000. That's just estimated revenue, estimated. So, at the end of the year on June 30th, we're going to see we took in all that revenue. So that might change a little bit and all of his salaries um the FIC is not covered. So that's you know obviously that's going to that's going to use up that balance those balances there. >> You know what I'm saying? Like social security is not >> medical. So I
see it going down there. But he does he does have a good um balance sheet going forward and maintain those programs in case he doesn't get the roots >> and even to start it up and start up the Mary Morrison is going to take >> and start up the Mary >> and then the summer program it's like excellent families really >> summer program doesn't make money Yes. >> Oh, that was for that. Yeah. So, this is like 20 million. I'm wondering if there's a way like some of these like this period that it doesn't like this month alone. But this is a window, right? This is a cumulative. So it's up to you up to the board how they want to see it. >> This is just what I've done in the past. >> Not
something that we can't change. >> Yeah. No, this is what works. So I was just more thinking like hey these are the transfers so I'm waiting for the period and if you want to have one line to say this is like all the transfers so that this way when the board when it goes to the committee their phone meeting or um they only see like this because they've already voted on it >> they're gonna horse right so >> I had one member that wanted to from day one. So I think when I was in them so I think that's why that report was kept that way. But I agree I don't like placing 31 pages of >> yes when you've already approved everything before and you can have the in subtotals in there >> of
what you approved what is >> yeah sub total >> because then we can focus on the end of the document. Agree. >> Yeah. >> I mean, >> we'll do it for next year. >> Yeah. Let's continue finish and and >> Oh, that's a good idea. >> So, yeah, there's a lot you don't >> and forget. >> So, what page do we get to for the good stuff that we have? >> 22 months ago. Yeah, sometimes that happens. I think >> that will help our meetings. >> Yeah, good night. Yeah. >> Yeah. Yeah. >> Go back if we >> So, we see it. It's not in blue anymore, >> right? So, start and there's there's a few mostly from department, you know, moving money to buy supplies. A lot of it's that and a lot of
it is our endear things like our recognition of teacher leaders and para leaders and you know plaques and things like that transfer doesn't start. >> Yeah, right. So I think we're Oh yeah, it's only two years. >> 324. >> Yeah. >> And I feel like once we get in the role of this and >> big one. >> Yeah. And adjust for next year. >> Yeah. I don't think we're gonna see as much of this going on. Yeah. >> You know, once we get it organized, >> right? I do think that in July we encourage them to transfer because their budget book their budget is based on January before all these transfer. >> So I will encourage them to look at what they spent this year totalities. This is for athletic uh field trips to make
sure we have enough money >> and in that year so that we don't overspend. Yeah, they we're teaching them how to inflate it in Pton which is you know STA for spring the sports it's this amount because last year we spent 2,000 you know just come up with an estimate as long as something's in there it makes me more feel more comfortable that we're not doing this rep you know mad dash at the end of the year >> to get it encumbered we know we're going to spend it on right >> on you transportation before. >> Yeah, >> agreed because like a school student you would so the mileage is easier to calculate, right? So what we think is the duration of like the game >> and so maybe you're off plus or one um
hour right so but otherwise yeah that's equally um >> I mean they get from STA they will >> that's the plans athletic director we need them as um forecast. So I know we had said last um oh before I was on so um I know we had said last time we had put audit update that it hadn't been released to town council yet. I believe it was um I don't >> No, what when did you say that? >> I think it's tonight. >> Oh, is it tonight? I thought it was a gym. >> Yeah, I >> but I think Jay found it published. >> It is public and you know finding like now visible. >> Okay. >> Um so yes, you know the first one is a town fair. We share this finding of the
town not being um prepared to close the findings you know took a long time to close the year and um come up with the reports for the author. So the description of the finding is financial closing reporting. you know, management will establish a formal monthly and closing procedure, you know, so we have some corrective action to write because this also goes to the state benefit and so we have to, you know, throw them in our corrective action. So then now we've already I've already implemented number two with the journal entries that we couldn't find everything on one system it's digitalized you know when a journal entry put in the backup is attached employer approve it >> so everything there you don't have to go find a piece of paper and um the third one is
the department so the department is is a federal law that if you have a contract with a federal award, you have to either go on the SAM website or to see if there's a bar or have it in contract. But what I had done already about a month ago, I started a vendor project and we sent out email to all our vendors to have them sign statement saying they are not debard and if they become debarred, they need to notify us within five business days. They're checking off that statement and we're keeping that PDF on any finance attached to their vendor profile so that if we do do contract over 25,000 with in federal government you money we have every vendor because you can't pick what vendor you're going to use you know and you
could look on the website today and they not read the bar and tomorrow they could use bar >> but this was for learn and that was very odd. >> I was not happy with this. >> That is our rest and they would be have been on the same website, right? >> They would have been on the >> but I went to a conference office and I was talking to my colleagues from Dad >> and I telling them about this department and I sit right next to a woman said I I got the same finding from singing a >> looking. So they they were used you know sometimes they they focus on one area and that's where they get more multiple people. It's not it wasn't just us. So it made me feel a little better
but >> and she liked your idea of how you >> Yeah. So I explained to her this is what we're doing. You know we could put it in the contract. We could have all contracts say um that you cannot become the guard or something like that. you know, but I thought about it as having it on the vendor file that they're going to contact us if they come to because they're booting to tell us, you know, I can't do business in the state of Connecticut >> and they sign. >> Yeah. And are we going to have them reattest every year or every time or what? Oh, we're just going to keep that assessment on their vendor profile. So, if there ever was another audit because it was one of the there was three um recommendations
from the auditor on how to correct it. That was one of the recommendations that the vendor assessed. >> So, that's um and it helped us come up with new a new automated vendor form that feeds right into um Google sheet and then attaching it right into. So it's it came up with you know other efficiencies might also correctly W9 and doing just a total vendor audit at the same time because might as well reaching out to vendors W9 so we have the most up to date W9 most up to date um email addresses because we want to start emailing for >> yeah we've been years >> and I don't want to bring them anymore but 747 plus the ranking Yeah, but a lot of people want them, you know, it's quick. >> So, I'm hoping
to start that July 1st. Um, but you know, it's going to be a slow process because you got to get the vendors into it and not have them duplicate our order. Worried about duplicate orders with the big vendors like Amazon, you probably won't be denying theirs. We actually approve them online. >> You know, they're so big >> and we did have like staples. They got one and they they tend to duplicate if they get one email now and you know by accident get something mailed to them. So So it's it's a work in progress, but I feel comfortable using them. I surprised Staples because we figured they would have like a good ERP system and it would be techn numbers but it doesn't matter. I digress. It's like your numbers should not be duplicated in
your system when you put your number. It's like an index, right? >> Exactly. Yeah, that's why I don't know. It was it wasn't that big and we resolved it. But you but those big companies like WB and Amazon, we probably won't send those because we have a different type of um Google process with them. It's all online. So now that the audit is public, right? >> Can you send it out to the board members so that you can see the order? >> I mean I I have to find a public >> I don't know the last one I saw was the draft. >> They didn't let me send you call. Oh, they Oh, I forgot talk about you know they talked about our capital assets and I'm we already started that within the spreadsheet finance
has a capital asset that we are already starting to utilize. So like we have a question for that. They wanted us to go on the town's >> munness but we don't have >> it's like we don't have that but we have to do this now. >> So we're going to put all our capital assets into find >> um because they have a market >> and that was never done right. That was on paper. They kept a list. Yeah. And we couldn't find the list. >> Yeah. So that's why they mentioned that as well. But we weren't ready with the list when you know they asked for >> we did finally figure it out. We found it somewhere. >> We did. It took time but um I know this feels >> I do say find it
right. >> We can >> well the recommendation she was ahead of the game with. So read is hoping no findings. She doesn't want any findings. >> She's never had findings before. >> Well, here's the thing. >> She married into >> here's what I do want to say. Um you're probably here a year now or almost a year. So um I want to thank you, you know, for all the work you've done. You've brought us miles ahead to where we were before. Um, and I know it's not just one person, it's a team. So, please let your team know that as well. Um, so regarding the audits, yes, it's hard to get funding, especially if you're a lot, but we'll say you walked into it, you have a control over all some of that, but then
next year, you know, it's got to be better. And like you said, some of it's like don't feel discouraged because it's like um so much improvement has been taken place like whether it's um the staffing you know but Jay you hear >> yes um yeah I'll just uh um say that I I u agree with Jen I feel much better about how um how the office is running and I think anyone who does look at this particular audit um has to realize that um um Rita did inherit a lot of these things and in terms of this debarment uh I don't think we've ever checked for dearment. I don't know how many districts do check for debarment. Um, and yet it has never appeared >> and not from our arrests and police not >> and
and it is and it has never it has never appeared as a finding in previous years. It all of a sudden showed up this year. So, you know, there's probably a rolling uh list of of focuses that people bring to it. Um, and so this is on somebody's hot list this year. I will mention that SAM does publish a daily and by SAM I mean SAM.gov not not our SAM. Uh SAM.gov does publish a daily uh debarment. Um and I'm sure um some whiz in your office can figure out how to download that and uh go against a master list uh with AI or something. Um I don't know if that has to be done monthly or what, but all that data is out just crunching it. Um and so um and as far as
the audit goes, um I suppose it's not official until the town council accepts it, but it's already been accepted by the um federal audit clearing house. And that's the copy I sent everybody last week. Um I suppose they could fight something or or um or or be some changes, but that's what's been filed with the federal government is the copy that I already sent to everybody. And um I just say take it with a grain of salt. >> Thank you, Jay. I do hope you that I just know this year's been a bit closer as far as closing the year because I've you know I put in hard deadlines and they stick. I mean second and there's no more requisitions coming in unless they're emergency. So >> she gave the principles an extra weekend to
finish up and Monday and then one of them said, "Can we have till Tuesday?" She said, "Nope." >> Like like the issue today I was not expecting, >> right? Like the school tomorrow, >> right? >> That's an emergency. I think we have a policy for that. still happening until the end of the year. >> I know even in our new buildings sitely, do you have anything for us before we transition over to Sam? >> Really, you can hit the road. It's still funny. >> I love summer for that. to read it before this. I'm just gonna um there's a consideration that we're gonna find more next month just so that we'll do a walk through. >> Yeah. So, just FYI. >> Yeah. >> Still talk about it during the direct. >> Okay. >> Safe travels
by the transfer export. >> Yeah. Not that many 300,000 I don't see. >> Yeah, that's going to look to see if you can look for my phone. >> It wasn't there. >> Maybe I'm missing so >> I I had heard those speaking from somebody down. So maybe Tuesday, right? >> Yeah. I do have to say that the audit process John would send out Outlook invites and we were meeting like almost every when we met every Tuesday or Monday in the afternoon and it was a short quick meeting but it would just help us to get through some of those questions but we were still getting questions all the way through April after we thought it was all done. So yeah, it just lingered. It >> was a learning process and we'll have more of a
success this year. Yeah, we'll have to work on that. >> I will. >> Have a good night. >> Good night, Rita. >> Take it away. And like I said, you can go in any order or you can follow um the agenda item. So if you're >> okay, >> so um as you can see, I believe you're still working. So um Mary Morrison school we have a little bit of painting hallways etc. We've done a water testing copper came back. Was there a problem since the last meeting? Cuz the last meeting you said that you'll be testing your water >> from May from May 5th. >> No, retest. >> Yeah. Okay. Cuz I bet on the um the minutes from the last meeting it said that you would be testing the water. So you're still waiting
a whole month. Yeah. So there only two wounds that are concerned that you can't use anywhere >> faculty faculty doing something like that. The difficulty with um if he's test certified not to our satisfaction the difficulty is in tracing the father I'll be able to for instance take off or something that's right there in the cabin but these door lines in that building are actually slab as opposed to one we have tunnel access like we have tunnels involved something like that. >> I guess we're directly out there. Um so the pain continued to go on the uh did come as soon as they put guns on the ramp I saw very We should have Tom is working from hardware company that is in the works as a window situation >> custom made, right? >> Yeah.
And with the construction funds, we went ahead and did all the rooms. We're going to do all the rooms, painting all the rooms, and so we might as well get it done. have been working on it like 30% >> the rooms and he said the nerves have been working. How many stuff? >> Okay. >> Seafoam green and pale side. >> Yeah. So like we go there and we're inviting ourselves >> primary. Okay. So the painting is um you're working in hallways. All the rooms have been painted. You have um it looks like two rooms for water. Um obsolete items are gone. We're waiting on some stamp for the play and some hardware for the doors and then the windows. So that's the only thing that sort of via pickup because you can't control when they're
actually going to deliver something before Oh, you got that too. We'll be >> you are also going to get the um the what do you call it the >> partitions right >> because they need to be upgraded. Yeah. >> Excuse me, Jen. >> What about >> I I just wanted to mention I'm I'm having some difficulty hearing Sam. I see the usual mics aren't there. >> Oh, yeah. >> Um >> I don't know if it's my device, but >> um I know. It's like um >> Jay, is that in bed? >> I know. I know. He's I know he's very shy and timid. Uh especially speaking in public. >> Yeah, we have a spider, you know. Yay. So, >> is yours? >> Yeah, it's on. >> Is it any better? >> Yeah, it that that's
a little better. Yeah, I have no trouble hearing the rest of you. Go because we're talk loud >> and we're right on top. >> We might have to move over one more time saying >> there have been very few times when somebody said I don't speak for our >> Okay. So that's Mary Morrison. The second item is robotic. The assistant or the one of the coaches Chris is working labeling the items in the wood shop for removal and or for robot. So soon as he's done with that then I see we'll be moving around or out >> um with robotics have we contact I know like things like um like it's Almost like we need to schedule the date with the movers and then we work around that because I know they didn't call you
back last time and I didn't want to get into the secretary to check. Oh, and have we had or have you guys yourself and Tom met with the fire marshall regarding like some of the proposals for potential field? >> Oh, no. I'm sorry. >> Um the fire will not accept partial plans when the time. So when we have everything they'll share with you. I'm a little concerned about that because should um the board decide to fund the the um the space, we should have like a good estimate um by June 17th. I believe it was on special meeting the budget increases a year. >> We might have to do it sooner. Yeah, next week maybe next week I guess. >> Yeah, if we can do a special meeting maybe with one of those others even
through you had mentioned June 8th we had the >> No, but Jen would be here. >> Oh, okay. All right. >> June 8th when June 8th >> Oh, yeah. I don't think anyway. >> It would be too long. >> June 15th. >> Well, we're going to we're going to look at even maybe another time that would work out better because um we do we also had look we were going to be looking at the $800,000 and then the additional 500,000. So, um, Rita needs to get that moving forward sooner than that. >> So, >> wait, where's Sam talking about? You're talking about the three options. >> Yeah. That's going to be on the the on CO for June 15th. >> Okay. >> Yeah. >> I I sent Susan and Joyce everything I wanted to be
on the CO at the boards. So those three items that we're going to discuss on 15 are the estimates pretty firm. So it's like building electricity and cost like it's fully >> like a full amount. >> Yep. We haven't worked out that more expensive. >> Yes. did not. >> Yeah, Clint, he's done all of that work. >> If not, just give back up envelope like close, you know, and still present it, right? Um, you know, so that we have nothing and three different options, right? The medium, high if that's how we're going to view it. And if those numbers are confirmed and this special meeting gets moved from the 17th to the 11th, maybe we could share the number even though it hasn't been at the CO just so that if decisions are >> okay
because then I'm wondering like how people >> No, I know. But how are we going to make decisions? So let's say I'm like it's hard to predict the future and how the conversation's going to go, right? But if they're going to say like we want to fund this and um we need to know a range. Is it 100 to a million? And you know what's the range? And then you know >> also you're thinking if it's going to be something that the board wants to keep in their put in their budget take something else out. I don't know if it's a new course. >> Yeah. >> So right like potentially that could be an option. >> That could be an option. >> Be an option. It's hard to make decisions without that. So if we
have like even if it's just the range right there >> but that's yeah because Adrian will be chairing that meeting so you really need to reach out to Adrian about this right >> and see um first of all when the meeting's going to be >> right >> and then see if you can have all your information ready for the meeting because Jen does make a good point. Yeah. >> You don't know how much it's going to cost. >> Yeah. I mean, >> but you could say, "Oh, we'll put 250,000 in and then it cost 500,000." So, I'm going to first bring the team together and we're going to bring the coaches in too to work with us to look at the different options >> and we're really looking at um the how it would withstand
hurricane winds and you know, >> but the question would be can if if you're going to meet next week about the budget and you have all that ready by next week. >> I I will check tomorrow. >> Yeah, >> I I'll make some phone calls tomorrow. Yeah, because that's when you're going to need to talk about the budget, but you have to reach out to Adrian the date. >> I wrote that down with a star. >> It can't be June 11th because that's when the liaison was. >> No, not June 11th. No. >> Thanks, Sam. The next item on the list is vehicle replacement yesterday. I didn't get that typed up. My secretary was gone already. >> Yeah. No. >> Oh, wow. This is a tracker. Vita, I know Rita had said she was going
to help you because um she has to do a similar filing anyway. So, this is good. >> No, we just put and I just put this together and said this typed up and everything. uh the two items talking one on page first page the other one on second that is starred 37 GR and 248 GRO on the second page those two bands that are not really replaced for the electrician for one second take a picture and send >> I already >> you did oh perfect okay >> Jay do you have it >> Jay do you have the um I I do. >> Oh, send it to you. So, >> so the 2013 37 GRRO that started >> Yep. >> that's not roadw worthy. I see that. >> Yeah. And there were a few other too,
but those were were already those were already have been off the road for a while. They've been waiting to go for, you know, quite some time over a year. right thing like 206 and 195 those are sitting up at the high school waiting because we don't have a person that's he wouldn't have stuff right now so trying to figure out how they will >> well maybe it's a call to John to see what we can do and then to move them >> okay >> yeah know this is perfect then this will help us to meet the to help you know get your vehicles for if that am I reading that correctly Tim um like in the middle of the seat it's 87 GRO it's 145,000 miles >> that's correct >> that is correct okay >>
that's a big box if you want to >> you have A couple that are 145. >> Yeah. >> Ford doing good with Ford. >> You have a question on that. >> What do you see any of these that will need to be repaired and then replace the next year? Um told me previously had way back couple years ago vehicle three years stop right now. I think we're okay right now. >> You said your electrician needs it. >> Yeah, the electrician. So other than those two vehicles hopefully we can do something about that stem. Um then hopefully in the near future, next year hopefully we'll get back on track. >> So actually you don't need snow plow to >> vineard two that we have. There's also a note that somebody pickup trucks have a file think.
Yeah, we have enough files to do the job. >> What did you tell me? How many? >> Five or six. >> Six. I must >> at least five. >> Some of those vehicles department or maintenance that you vehicles that are kind of specialized. So they're there for the department to use. It may not be one person like a big box. Somebody might use it to move material one day pick up stuff. exper on a daily basis as they are special or that sort of thing. Other than that, most people are assigned to an individual in there and they're responsible for keeping it clean. They're part of the town maintenance plan. So always be able to be maintained by the county department. I think there's too long. The cop is in the shop right now. Um,
I don't mean that. >> So, should we make a plan? You're setting money aside now like each year put a certain amount of money aside for the bands >> for new for new vehicles. Well, it's supposed to be a part of CI but as you saw make it through. So >> they don't know they don't do that. >> They don't. Oh, is that why? >> Okay. So then >> we've always done it up to our budget previously. know that you know some >> but you have this many vehicles going >> you want to have them going to 20 years >> I just did a quick math there's like I think five or six that's not road worthy. >> Yeah. >> Over your total vehicles, it's like 80%. >> Yeah. They they're going to be out
for auction. >> Yeah. No, no, I'm just saying like only 80% of the fleet is working at this point from a vehicle perspective. So, um yes, let's um make sure in the budget process that it's not going to sit on the list. needs to be there first time around to make sure that >> well at least save money towards each budget we have put 10,000 20,000 aside where where a vehicle will be placed and hopefully by the time that new vehicle I have some money in that >> account payment we give We need to um like one of our I think it was Adrian who said if we can't clean up the schools this is x amount you lose per day. So and then this is the offset of like how much of your full
he did all the math so okay are we bought it >> we've already gone down to vehicle replacement. >> Oh yeah that's right. So not next is status of electric charging station. >> Yes. Electric charging station. They are not operating that account. >> We were repairing them on a regular basis. They're like $2,500 a pop >> and so we stopped that. And so there are some that they can use, >> but I haven't had any concerns about it lately. I had some concerns when we first shut them down that they get used to not use electricity to charge up their vehicle. And um so uh when when we have some extra money we get back and did talk to Rick Morris who ran the program in the building and there is no requirement from state
or federal government but we have to give them free electricity that has to be seen to the public. So maybe >> it's always been my concern that if we're gonna have charging stations here, then maybe we should have and I don't think I don't think I should get free electricity or anybody else. But I do think that if if we're going to have those stations available, I would rather see us get some electric vehicles in the district and use charging stations to charge our own vehicle. Well, yeah, maybe um if they're not functioning and there's no requirement for us to keep it there, maybe we consider taking it out. You know, it's >> removing the work. >> It's just a thought looking. I mean, there could be the day though that like Sam says, we
would be getting, you know, I did put in that grant or Shannon put in the grant for the buses that are electric, but we haven't heard anything back from that. >> Even talking about buses, may maybe at some point we need some sort of vans for >> for athletics or whatever, you know, >> that's what we were thinking. Yeah. >> Then maybe park our van there. How much would it cost? I remember you saying, but I can't remember the price. How much it would cost for us to convert those electric charging stations for people, >> right? You gave us a you did give us a number. >> A big number. I I remember what it was, but big number. I know. >> Paid back. You didn't get paid back in 10 years. And if you're
not getting paid back in 10 years, it's something you really shouldn't do. >> Just put a a box on there like a charge card. >> You do have a sign though that says that they're not working. >> The town did it though, right? They the town's electric charging stations. Were they free at first and then they converted theirs to? I didn't even know the only place I seen them at the um at the end. >> I know >> at the library I didn't notice the library >> at the end. I didn't think that they would charge them for that. >> I'm not positive. I didn't I was I didn't realize they know I had talked to the head of public works at the time. He was in favor of doing that time when I you
know I got that number I got that number >> in the contract if he had been called to do so whether somebody did it since then >> yeah I guess I was I emphasis to build I guess you know you know what fix looks like there nobody's happy We used to have maintenance guys that need concrete work like that. >> Yeah. >> But we got to find the contractor. There were two very big contact. I'm still looking for somebody that can do that to do it, you know. They work on Did you ever did you ever call slams by your phone? >> Yeah. sidewalk at the library. >> Excellent. >> Maybe you know somebody though. So maybe >> so maybe like um do you think the big goal would be like before September before school
start? >> Yeah, we have to do it in the summer when the kids are not here. >> Um but you also have a plan for out here. Tell them about >> Yeah. So you may have seen me there. >> No, I always come in. >> You didn't go that far. Thank you. >> Tell everybody to come in. Um, no. We have caution tape across the front about twoird of it >> because the steps have gone over. Unfortunately, we use salt and so some of those steps are not in the best of shape. So, we have >> along section. >> It's kind of in the midsection. go down the very step using those step material. >> Now, are they going to be wooden placed on the concrete? Will it last long? We don't have to treat
the wood. >> Sam, can you talk about the buzzes? That's what I'm interested. >> Yeah, I've got that on my list. Tom and I visited all school. >> Oh, yeah. So, Northeast Academy. Let me see if I can read my >> Well, I'm more interested in the high school and black middle school. That's all Mr. Fancy was talking. We went through looked at condition of the doctor and we looked at the doctor and working on the card reader right now. >> And there's going to be a camera so that they can see. So it's not fixed yet cuz at the board meeting it sounded almost like oh that what we fixed this week. >> No the buzzer works though >> and they hear the buzzer >> not until we get those >> that that's but
that was the problem. That's what she was talking about and that's somebody said that will be fixed this week. And they also had to move some parts over so that the door wasn't working two different as far as the buzzer is concerned those parts for that. >> You're talking about this >> you have access to high school. No. No. We can't use our bad. They don't work at school. >> Just here. >> Yes, sir. >> Really? >> Yeah, they did. >> That's a silly question. >> What about Northeast Academy? Ryan was pretty >> Well, great. Let's get back to the the the sounds of the people that are harder hearing or whatever can hear. So that's in the process of >> getting you don't have ide so we're hoping that it will be fixed by
September. >> Yeah. hotel because that would be a problem too because um she can actually report us and say that be a problem. So on my list here some minor concrete repairs that I stack and possibly do in house magnitude again the buzzer worked fine. Looks like there might be some conferencing issues >> and that's a brand new school high school know that situation middle school everything was okay and sounded They don't see any concrete been very minor concrete repairs. One of the other comments that he made when we went around it's not really facilities other than the fact when we went around um we didn't tell the tried to bug in and um a couple of the schools said good morning come on in so others have no guess they recognize that I hope
we hope that >> um I I think it's something that we need to re revisit the secretaries to make sure I don't it's just me but the other person let people in the building >> but basically yeah I agree >> we want our buildings to feel friendly and that's the concern whether it was um big river buzzers were good attack bomb all good buzzers etc shape I had two stars here northeastmies CK because notice as you look at the entrance to those buildings you know that they have the uh the beams the wooden beams overhead um they are ready for restaining probably like I think this year this year >> so I know that um two months ago So maybe what we could do is, you know, send the items that have been taken care
of and then add some of these new ones there and then maybe like during August or something like starts in the first week of August where we'll look through everything make sure that like the things that we could fix and said we would fix something. Yeah. >> So those beings that control But you're thinking 28 to 29, right? >> You're thinking like 20 to 29. >> 28. You're right. Not >> when you think we get through the school year. I was thinking would be the >> Yeah, that's what I thought you meant. 27. I know that when we went to the town, they put those on the CI. >> Yeah, I remember that. >> Yeah, >> we went to the town. Why did you design that building? >> It was before our time. were subconscious.
>> Um, not I know it's an entrances to buildings. Um when far there were some doors that have gaps where a very um like a critter can get come in. >> How run your own child would say >> yeah like where Charles it was Charles Barnum. >> Okay. >> Yeah. We have that for Mary Morrison but I think Charles Barnum also had an issue. The other thing is after our meeting I was sharing with Sam about um the concern about maybe the nighttime custodians not getting it clean and ready for the morning and Sam says he's got two positions that they haven't filled yet but they're really working on getting them filled >> um for that for that reason. So >> are you talking about Fitch High School? >> Fitch High School and um >>
I think it was Grant Middle were the two that they were saying >> the other teaches high school. >> Well, they're saying they were saying even in the morning that they were seeing that and that it should have been picked up through the night custodians, but there are two positions. So, >> they comments they should report that He's got a lot to say. Um level the level of experience of people coming in to do that. Don't have a lot of experience >> and it requires training. Charlie Ben training waited a few months playing >> and I think sometimes he has to um cover when people aren't there >> and these people some of them don't stay on >> state. So >> e not has we hope we rectify that by >> you were reminiscing of
some people who've retired and were very fond of and did such a wonderful job back in the day. >> Hot tank filling those positions. There were people that applied, there were people that we don't hire >> that did not qualify. >> Um, I think the door at the community cafeteria that you had mentioned where the critters can come in as well. Were you planning on working on that in the summer, too? That's 30 something,000 >> individ people coming to utilize all of our sales but mostly fancy. >> So even if it's $37,000, you know, you need to kind of make an effort to find it, right? Um yeah, those bathrooms, you know, we need to try to find a way so that the kids, you know, I it's not on the agenda. I know on
bearing off topic, but I'll make myself in trouble again. You're in trouble. Not going to be off topic. Um, you know, we just need to now at the end of the school year come up with a plan so that we either keep our banking systems on and people have to go there or um from the offices or somebody sits outside. So um look at a plan for that. students the ones who are not doing the lobbying, right? Who deserve a place to be able to go facilitally the doors are broken? used all the time. Not really. Some kids like this and they like every so they have the type of screwdrivers that take out the screws that normal person. >> We have all the kids that go to this facility. Don't you have a tracking
system of classrooms and um >> there's no there's no video cameras in there >> especially on a gang multi know that it happened during that time frame. I see J. Dave. >> Yes. I uh I know it's not on the agenda, but I think it's uh very relevant under Sam's report. Can we get an update on what's going on at Dames River? >> Sorry. Um tomorrow morning, the sewer pump is not So contractually >> you had someone go out to check it though this afternoon. >> We had called John Burke. He gave us a couple numbers that we used. I was really appreciative and we were able to get someone. Yeah. on my job was the only one that responded that actually one company came out. >> Are they sure they can do it or
they come? >> Well, they're gonna they're going to come and look at you first thing in the morning. >> What it entails? We have four outside. And so Jay, the real problem about not having kids and teachers in the building is that we have to shut down the water and that's um a health issue. So we we did um notify families that you know we have to cancel school. We haven't, you know, made this announcement yet, but I talked to Janie. Her kids will come in for the shortened day on the 24th like CK two hours. >> Yeah. CK and um Mystic River. So, and they'll plan something, you know, as a final gathering for the kids that will be good. >> Yeah. >> Did that help you out? Uh yeah. Um the other thing,
uh of course I ask this every time and I I get the same answer, but I'll ask it again. Um you know, these are new buildings uh and we've had nothing >> we've had nothing but floods and floor problems and um and now you know a sewer pump should last uh >> more than four years. Well, this is >> and I didn't realize that. Sam was telling me that this afternoon, late this afternoon when I was finding out about the problem and I didn't realize we had had this before. >> I can't remember how something happened and we were able to find a pump. Are we using the same brand pump or are they more than one company that might >> I don't same brand has to be a certain number of horsepower has to
be >> so so is that pump is that pump still under warranty then if we recently bought it >> no >> was it a couple years right >> years to So that pump went right when we built the building. sooner. Would it have to do with the capacity of the school? You know, 900 students maybe goes faster because you know there's more kids in the building because workers move that pump up 30 ft. So it was on town property, not on school property and then assume the town would have been respons. They put it back where it was. >> We did call the city first, too. So we called all of our colleagues. We talk about >> Yes, we will get the new mics back. >> Jay, I hear I see you. >> We didn't
have any personnel. I'm the meaning myself. >> So, as you heard when I talked to Rita, thank you for your report, right? Like your team is always like on the go ready. Um we were hoping to um I'm transitioning to future items. So for future items um we were thinking of moving July meeting to have like a week four of Mary Morrison just to see where we're at right um not um just for curiosity right see what the new school looks like um and getting excitement there. One of the things um I did asked last time is like a project date when we think everything is going to be done and like teachers can move in and to be fair to just so that we could get like a photo op to be like hey
this is like our newation. So, if you have like a better estimate of when you think we're going to be 95% complete, let us know and you know hopefully we'll have more info by July when you come over. Um so with that finance and facilities um make feature items. There were um one, two, three, four, five, five things. I think we should still review the meal balances in July. We're going to be right there. So, Ernie can hopefully join us. I'm gonna ask to see if that's um it's going to be available. And then the um review of major contracts. I don't think that could take it um a lot of time. So, we can also handle that after the tour. >> You're talking about contracts that need to be renewed. >> Yep. >> Okay.
And then the three items, the budget administration, lessons learned, and then pal versus special meeting. I'm recommending moving back to August just so that we can have like a meeting where we're walking around. Um and then review of student balances with earning and then like just share contract and obviously um you know there's some of these items that are static go through it but um it'll probably sort of hopefully Jay um you're going to be able to join us on site that evening. Parliament. Let me can you give us update on even I think I sent that email to somebody and contractors come back to each line doesn't mean it can't bid on it because it wasn't a mandatory but >> we're at 3:00. So we'll see that we get the bids. >> Yeah. >>
When are those bids being put out? >> When that >> when are the bids being put out? >> Who's putting out the bids? >> Oh, okay. >> When I were at um like in the fall, we um ran into a lot of architects and builders. So I'm not sure if maybe Susan somebody on your team took that list of like who the vendors were and see you blast out to them. So that may not be our usual people, but um some of them like they did great work like in some of the other school districts like about six different >> hopefully somebody but if you only get one you want more than one so then you don't have to go back out and maybe audience look at the well you let us Um >> yeah,
what could you report? So if there's nothing left motion J make a motion to adjourn. >> I'll make a motion to >> actually you can uh once the agenda is complete you can just uh announce the meeting's adjourned. >> Oh Dr. Yes. So the meeting is >> okay. >> Yeah. No, thanks Jay. Thank you Jay. Now we know I don't >> Good night. As you know I
