bring for Diamond Lake School District 76. roll call please here please rise for the Pledge of Allegiance I pledge allegiance to the flag of the United States of America and to the Republic for which it stands one nation under God indivisible with liberty and justice for all second okay we now open the floor comments on agenda items do we have any public comments this evening if you're joining us online please feel free to type those into the chat box and we'll read them into the meeting for you and we'll pause for a second to allow people to do so if they wish foreign okay there being no public comments we will move on to the budget hearing Mr Rogers all right thank you much um so the tentative here uh the tentative budget was presented
back in July and at that point went over estimated revenues and expenditures there still was a an amount of unknowns in terms of actual state and federal Grant revenues and there's some salary implications that still were unsettled by the time was we're going to the hiring process so uh rather than going through the budget hearing itself I was just going to go through at least bullet point a couple of the changes that were made from the 10-day budget to the uh the final one that is being presented for tonight so the main and really only changes from a revenue standpoint was just reshuffling around some of the grant revenues so the evidence-based funding uh monies came in that was the actual amounts the preschool for all Grant the idea and the um some of the
sr3 funding that we're anticipating were all shuffled around so all in all is a really minor change it was less than a hundred thousand dollars of actual uh changes around from all those different Revenue sources and from an expenditure standpoint I have a memo that touched bases on a couple uh you know bullet points but mostly those are minor as well we had some salary changes so instead of having some revenues that dot or some expenditures at Diamond Lake we've shuffled around to West Oak based on some of the new hires that we've had um we uh I've shuffled around some of our transfers that we're going to have for our lease payments so we have new leases for MacBooks this year a new lease for uh um for copiers so that changed around slightly
uh summer school salaries we've shuffled some of those around from local funds to Title One based on on Mr cuttingham and I finalizing that Grant and really the biggest staffing change was we weren't able to hire a social worker as a district employee at Diamond Lake School we've outsourced that position so uh it cost us a little bit more in terms of salary but we've saved actually it was a net positive in terms of the total positional value with salaries and benefits so uh really all was is shipping shifting around a couple line items there and from a construction standpoint we've changed around slightly what our expenditures are just based on what some final receipts have been in June versus what we anticipate spending in this fiscal year so uh all in all very minor
in terms of total amount there was not any substantive changes to the ending fund balance um and everything like we said is budget been budgeted conservatively in terms of what our expenses are we have a little bit more contingency this year in terms of each of the school budgets um and and still giving them all the resources they've requested and then so are there any questions or clarifications I can go over with the uh any revenues expenses in the budget so the next steps will be once we convenient to the regular business meeting we'll vote on the official adoption of the budget and I have until the end of the month to finalize and file with the Lake County clerk's office and the State Board of Ed so that will be all done great thank
you thank you very much thank you adjourn please that motion is adjourned give me one second we will move on to our business meeting I'm going to order the business meeting for Diamond Lake School District 76 we'll call please or for public comments on agenda items for the business meeting this evening do we have any public comments again if you're joining us virtually please feel free to type those into the chat box and we will read them into the meeting for you if you're joining us in person have any comments please feel free to just stand up and make your comment we'll pause for a second okay there being no public comments on agenda items we will move on to presentations all right we have two presentations this evening we're going to start out with
our Diamond Awards this is the first meeting of the Year where we're going to recognize staff for Diamond Awards and just as a review a diamond award is earned when a colleague an administrator a Community member or a board member nominates a staff member for exceptional professionalism going above and beyond their duties and Shining like a diamond in our district so we have two Diamond award um recognitions tonight the first one is from Mrs Sullivan um if Mrs Sullivan could come up to the podium and she is going to be recognizing Mr Tyler Smith who is one of our instructional technology coaches hello everybody um I feel really lucky that I get to do this actually because I feel like there are so many people who probably want to nominate you for this award um
but Tyler Smith joined our School District in August of 2020 when as we all know teaching had just reached the height of ease and popularity in our country that's just a joke obviously um he actually joined us during one of the most tumultuous and challenging times in the history of education Tyler or as my family and I call him Mr Smith was hired to be Diamond Lakes uh first instructional technology coach which for anyone who doesn't know is a role dedicated to helping teachers use technology to create meaningful personalized instructions for for our students this could not have come at a more critical nor difficult time trying to teach learn and make meaningful connections through screens is something that we all struggled with during the pandemic fortunately Diamond Lake couldn't have found a more charismatic
positive person for the job Tyler's unassuming nature wide smile and charm put teachers at ease and he proved to be a reliable source of support for them that brings me to the reason why I nominated Tyler for this diamond award not necessarily for the job which he was hired to do and has excelled in but for the above and beyond that he took on to help students coming back into the classroom in order to support them and their teachers one of those students was my son who was diagnosed with ADHD last year um my son's teacher was struggling to manage his habit of shouting out in class and his very poor executive functioning skills which he gets from me uh she mentioned the idea of assigning him a mentor that could help him come up
with strategies and ways to improve his behavior also known as check-in checkout and when she mentioned Mr Smith was doing it for other students I knew immediately that he would be the perfect person for my son because my son is very sensitive and he tends to shut down pretty quickly when he feels criticized and Mr Smith has a great way of conveying messages that don't feel critical at all um despite his already full and over full schedule Mr Smith accepted the mentor role and was able to support encourage and help my son strategize which in turn also helped his teacher focus on her lessons in class Mr Smith I can't tell you how doctors that you support you always make me feel welcome when I see you at school events and you set a shining
example of what a diamond does and you know I'll completely cliche but true statements you shine bright you do not crumble under pressure yeah you are valuable and you make everything around you look good so sparkle and Mr Smith and thank you so much for all that you do foreign of course please hey hello hey everybody uh thank you so much for this award I really appreciate it I want to thank my wife very support thank you um as I've said before this is an incredible District this is a unique District this is a unique place to be um and like the best job ever just you know it's has this flexibility to it it has this drive to it I can really do everything that I want for it and I really really like
it for these check-in checkouts because I can move my lunch period if I need to to go play basketball on a Friday with someone right check and check out friends and so I hope this speaks numbers about our our coaching program as well as what we can do with our students um and your kids are great and to be totally honest with Mr Sullivan I kept forgetting you're a board member and I just say hi to you because your studio your kids were like so nice so I'd say hi to them and look up like oh hi so I really appreciate it thank you so much [Applause] foreign said um I know I'm not going to be as nearly as articulate as you were but you know Tyler congratulations this is very well deserved on
your on your behalf uh we'll pivot though to uh to our second Diamond Award winner um yeah Mr Freiburger and I would like to nominate someone that doesn't really like the spotlight uh and shined on her and doesn't allow for the recognition that she rightfully deserves uh Sarah Byrne has established herself as someone that has become a a foundation of what is of what our strong climate and culture at West Oak Middle School is built upon Sarah's selfless hard-working dedicated caring and genuine demeanor are characteristics that make her a quiet leader but also an essential person within our building on any given week Sarah will be taking pictures uh updating our student Hub uh holding yearbook and student broadcast club meetings or being seen at various extracurricular events um after school Sarah's kind positive approachable
and selfless uh a selfless person that does what she can for the students she serves and the colleagues that she works with due to these reasons this is why I nominated you for uh this diamond award and I'm going to turn it over to Mr Freiburger congratulations Miss Byrne um 30 kids for your Club that's pretty amazing so just a testament to why you're getting this as well so um just want we want to uh thank you for being a representation of what it truly means to allow students to have their voices heard um you've given opportunities to apply their interests and talents to better our school community and then through listening and applying student input um Sarah has created a place where students interact with each other across areas of Interest um and across
subject matters as well the creation of the athlete and fan interviews uh the SEL video editing and new opportunities for our yearbook Club to choose what they want to photograph give students High self-esteem and a high purpose that are and a great purpose at our school um so we want to I also want to appreciate you for leveling up your past practice so you took the input from students from years prior and you really applied new practices and heard them and and uh made it more meaningful for them as well um you've embraced student voice Empower them to make decisions and in turn you've created a community where students Excel both uh in the present and soon to be in the future making 21st century Learners so for all those reasons congratulations Sarah [Applause] sorry
thank you you called it though I'm not really good with the spotlight I don't like the spotlight but um this actually means so much I I absolutely love what I do I Echo Tyler with saying this is the best I don't think of it as a job but it is the best place to be ever I couldn't see myself anywhere else and I truly enjoy working with these students in these clubs after school I I couldn't think of a better way to spend my time so thank you for the recognition it means so much thank you [Applause] that's it that's a highlight of our meeting really it's just to recognize our amazing staff so congratulations again Sarah and Tyler and we appreciate and value and recognize all that you do so sparkle on our second
presentation um for the evening is our annual District goals and priorities update so Mr Hanson would you mind presenting uh projecting that please so as we always do each year we establish District goals and priorities uh centering around um our five areas of focus and um I've asked the board excuse me I've asked the district leadership team since we've worked on it together to kind of share in the presentation and our voice and ownership as we present our goals to you thank you Mr Rogers so as a review um each year this is our seventh year working on the specific goals and priorities academic Excellence to making sure that our district 76 students receive optimized learning experiences professional Excellence that we optimize professional experiences for all of our district 76 staff operational excellence established collaborate
collaborative and efficient practices for long-term District success Financial Excellence maintaining fiscal responsible and efficient practices for long-term District success and excellence in communication communicating to all of our stakeholders in a purposeful and meaningful manner this has evolved um through the years but what we do is we have measurable outcomes and um thanks to the board who has really challenged us to look at data and look at data year over year so we have longitudinal results and Trends and we can see what's working and what we need to reflect and grow and improve upon um so um to continue on our cycle of continuous Improvement for goal area one we have our academic data as well as our student social emotional learning data so we've got you know some a couple years of data to fall
back on for that for goal two we look at our staff culture and climate to make sure that we are providing those professional Excellence experiences and professional development for them as well as our second year using our instructional coaching survey data goal three for operational excellence we want to make sure our staff have the needed resources and support in order to do their jobs so we look at that to make sure that we are achieving operational excellence um and that also we've added some questions on for gold two to make sure in that staff support and resource data to make sure that they're getting the social emotional supports um in in their professional development and also in their work environment goal four we measure with all of the data that Mr Rogers keep with our
financial health and information whether that's our local budgets and our financial projections as well as our state rating and goal five to make sure that we have excellence in Communications make sure our environment is safe for our students students are learning and that parents feel informed and engaged in our district we have our parent engagement survey data so again five areas um and what we use to measure and making sure that we're continuously improving looking at that data so I'm going to hand it over to Mr Cunningham and Dr Berger and then some of the other principals that are going to talk a little bit about Priority One as well as priority two and then I'll take over for priority three so I'm going to hand the floor over to Mr Cunningham thank you Dr
Sharma Lewis so we um to the point that Dr Sherman Lewis made we take we think about our feedback and reflect and grow and how we want to follow track and Report our data so uh I'll highlight a couple changes we've made how we're approaching it so we our first goal is focused on improving student growth in English language arts and Ela and Mathematics and as we have measured that and you'll see all the way through our purpose um while each part is a little bit different this case is preparing us to be high school college career and future ready and we really are highlighting improving student academic and social emotional learning growth and achievement that'll show up all the way through this so in terms of what we are measuring last year we used
something called student growth percentage SGP um given we decided that that was a little bit difficult to track and so in terms of explaining and helping different stakeholder groups be part of that process so the way that you're going to approach that this year is we are going to track our students growth within the tiers so how they're moving from your Wanda tier excuse me tier three to tier two to tier one at the same time we're also going to measure the student amounts of the percentage of students that grew even if they didn't move out of the tier are they still showing Positive Growth so there's going to be two ways we'll report that and right now principles and building leadership teams are going through that star data in the fall and we'll present
that off to the board on a future meeting where we are in that process the second goal on goal two um strength and social emotional well-being learning and engagement we've decided to develop our own SEL student survey if you remember last year we used humanex we had a very spirited conversation around survival needs um and how the drinking fountain and uh curtains may not play into that so we really Dr Olson the SEL team the student services team and myself worked takes um part of that survey some of the castle standards um and and Dr Olson when she presents out we'll talk about a couple of places we took them from we think we developed a very comprehensive survey that will also speak to things that are important to our community both in the skills
our students are we're trying to teach our students at the same time how they feel and perceive school so um that'll be given out in October and then again in April and then also the guesses screener that Dr Olsen will talk a little bit more about when we get to that point it's an outstanding survey that teachers actually weigh in and how all their they perceive their students doing and what needs we might need to meet so it's a really cool picture from both the teacher's perception of students and the students perceptions of teachers the school and themselves so it should be a very balanced perspective we're really pleased with that one I'll turn it over to Dr Olson uh Dr Berger so looking at uh goal number three talking about establish a district a
gram as we know over the past few years because of covid we saw a significant decrease in the enrollment for our early Learners program so what we did in the reopening for this year was we looked at ways to provide inclusive environments for our early Learners so that we had Blended classrooms with general education students at-risk students students with special needs and helping these kids improve of course with their academic growth and then also social emotional learning in these Blended classrooms because that's exactly what these students are going to have when they go to kindergarten so it was an earlier exposure to that type of environment right now we are currently at about 60 students our goal is to get up to a hundred by the end of the school year our next screening that
we have for the early Learners program is in October there's already another about 10 to 15 registered for this screener then and then we also have families already registered in January so we're confident that by the end of the year we will probably get really close to 100 with our Blended model so we are excited to be able to have that program shift a little bit reshaped and classrooms be nice and full in comparison and then for our progress monitoring tool we are currently um piloting two different programs one is called high scope and the other one is teaching strategies gold and we're going to determine which one will best meet the needs for our students so moving on to Priority two professional Excellence one of the first things that we're doing and we began
this last year but we're using the terminology Implement because we really have completely revamped this tool our instructional leadership walkthrough is really the ideas that our principals the district leadership team we can walk into classrooms I walk through classrooms hence the name walk through but really what we're doing is we're trying to get a tier one or like a holistic picture of what our instruction looks like and so our Focus we we kept it on engagement this year and we bip out the tool again that allows us to give some um very much more measurable feedback as to where we are in terms of percentage of students that are that might be are showing um it could be everything from their physical engagement cooperation consistent Focus we're measuring those pieces as we go through but
at the same time I was important to the principles that they were able to give some individualized feedback to teachers non-evaluative but so what happens is after they give that they do have a kind of a narrative they give to individuals features that also allows teachers to interact with what the tool is and kind of where they are in the process it's reported out as a whole picture but it's a nice part way for teachers to see how they fit into that process and practice so we'll be implementing that it will not only are we just implementing it's going to inform a lot of how this teaching strategies that we're using in the classroom and reflecting is the curriculum appropriate and are we how can we leverage our coaching our plcs to reflect on where
we are so and then the second piece is increasing staff participation the instructional coaching program uh thank you again and Nikki Sullivan for speaking to Tyler we have an incredible group they have took the feedback from last spring if you remember when they reported out they were very serious about their instructional Cycles as one of the coaching Cycles is one of their major focuses our Focus excuse me and what they did is they developed a common tool they're going to use and they're already working with on between three and six uh teachers at a time in the coaching cycle as well as the parentals will allude to it later they're also a huge part of leading plcs and doing a lot of curriculum coordination as well but they also have identified a tool to be
able to track that quantitatively they present it to Dr Sharma Lewis and myself today a very effective tool that's going to allow for the board to be able to see exactly how they're spending their time and to correlate a better student outcomes so we're excited about that process and taking that feedback from the board and reflecting ourselves I'll turn this over to now Dr Burleson and Mr Peterson okay then to strengthen the social emotional well-being and learning and engagement of Staff um this year with our SEL committee we are doing a thing called moments that matter where the staff are actually putting together different opportunities to get together outside of the school day and do different fun things like going to a pumpkin farm in October to help with just you know that engagement and
positivity of being together and having a great time and then Mr Peterson is going to talk a little bit about our teacher University program yes um along with our parent University where we've been regularly giving out those those presentations we wanted to offer something to our our teachers as well to help build their social emotional health but also be able to to help with our students social emotional health as well so uh with the ACL plan uh the SEO committee's plan was over the summer was to develop what we call a teacher University where we would offer uh short little Snippets every week and we place that into our student our in our staff bulletins of each of the principles um these are short little blurbs but they're also ways that that teachers can plug
and play into actively you know put this into their practice um you know it's based upon certain themes some of the themes include uh how to be supportive students giving Clear Directions working with upset students being an active listener and then also teacher self-care as well so uh we will be we have already started that we're going to be doing that each week for the rest of the year and now I'm going to turn it over to Dr Sharma Lewis thank you and you know I just want to add to uh what Dr Olson and Dr Peterson said one of the questions that we've added to our um culture and climate survey as well as to our staff support and resource service are specifically targeting um the teacher University to make sure do did you
have access to teacher university did you feel like it was user friendly did you feel it was beneficial so we'll ask questions to measure that to make sure that we're on target for what we want to implement and measure so priority three um is operational excellence and this is a continuation of last year where we just implemented edgy climber data and got staff trained and you saw the data for that that people felt that they had the information and that they had access to edu climber but really we want to level up and say how are you actually using that data and I know that was a question from the board too is now that you have edgy climber in place how are you using it and are you using it to make instructional decisions
um so that is our goal for this year is really to use that Azure climber data that we've invested in how are we using that to support database decision making for instruction for interventions or any other type of social emotional learning um and so the principals are going to talk a little bit about each system that they've put in place or the framework that they put in place in each of their buildings on how their professional learning communities their grade level teams their Department teams are going to kind of work together utilize that edge of climber data articulate about that edge of glamoredema and then make those decisions based on that so I'll turn it over to Dr Berger first thank you so one of the big changes we made at DLS this year is
that we have reshaped our weekly team meetings in the past it was really just a conversational meeting kind of um heavy in logistics more so than it was looking at the data now we've shaped it so that the first meeting of the month is always focused on English language arts we're looking at that comparative data how are things going within the classrooms coaches the ELA coaches there interventionists are there so they're also contributing to the conversation and talking about what they're seeing within their programs second meeting of the month is math same kind of setup our math coach will be there math intervention will be there comparing data third meeting of the month is sel and our building just um participated in Dessa for the first time so we have that data that we're looking
at and how behavior is improving and different um things that we're putting in place to support positive reinforcement for students and then the last meeting of the month is always data where everybody is coming together and looking at that overall growth for that month so we have things happening on a week-to-week basis day-to-day basis and also a whole month basis one of the other big pieces that we put into play this year for the first time was looking at things comparatively which we will also present on um later in the month um but we have talked about how we are responsible for every child in the building regardless of what grade we teach whether we had the child two years ago or we have them right now today we are all here for the good
of all students so each grade level got to have that reminder of where did these children finish in the spring where are they starting now in the fall and what are we going to do about it and it was some really great conversation and there were goals that interventionists had already set for themselves that they had said we can get these kids out of tier three by December because of the way the numbers looked and it was and it was measurable also putting kindergarten on that three-tier data collection cycle now intervention already started for kindergarten last year first time ever because before it used to start in March so we're really moving ahead with making the data-driven decisions and making sure we're supporting our kids as soon as possible over on the intermediate side um
we began a similar rotation toward the end of second trimester third trimester last year to try it out and see what was work how it was working out so we do the same thing where we have SEL one week literacy math and then what we call articulation the difference this year is so with the edgy climber system and I'm just kind of mixing both goals together because they they go together in my building um last year was more about getting feel for the edge of climber system getting in there trying to find how do you find it and and things like this so this week or this year every week that we have a meeting based on a theme we're also looking at data for that uh component so if it's a literacy meeting we're
looking at specific literacy data um we do have an articulation data meaning as the fourth rotation uh which is a holistic view of the whole child but really what we're starting to do based on our sip plan and our um our specific weekly meetings is we're we're taking a look at that data and now we're beginning to build on what we call collections in edgy climber so if a reading specialist has a list of students that she specifically sees she's building Collections and edu climbers so she can actually have that group of students that she sees and she constantly has that data in front of her and she can see the trends and what's going on from there the second part of the evolution of edu climber with us is that while we can see
the students generally in whatever chair they're in we can then cross-reference that with the Renaissance data that is the star data so we can see specific skills so it's helping us look at data in other areas uh also with the Swiss system which is our behavior management system so it's really allowing our our staff to have a vision of other additional things to look at and understanding that data even better all right on the on the Middle School side you know a lot a lot of the same things that Dr Berger and Mr Preble has already talked about we are on a on a four-week schedule as well in regards to our plcs um this is not new to us um you know when Mr Cunningham came in uh a little over three years ago
he had established a general routine where most of our staff already kind of know the process this year we've just kind of changed it a little bit to to focus on specific things per per week within that month um the the first and third weeks of the month are devoted to our directly to our plcs the first the first week is is devoted to uh specifically instruction um you know how can we optimize what we are doing uh to help to help achieve our you know our goals academically but our goals um you know just instructionally as well you know some of those you know include our our school Improvement goals of of of increasing our student choice but also student engagement and then identifying these learning targets and really focusing on what are kids
actually doing and what are kids actually learning versus what are they doing all right we want to focus on you know how how much are they obtaining these goals and meeting the standards that that are set for us um the third week of the month is is more of our data driven PLC where we uh you know we are looking at our star data we're going to be looking at IR data and then also our survey results too uh and we want to look at we want to focus on those those sub skills we want to see you know what where do our kids that sell in how can we expand upon that what are some of the areas that that maybe were not so high-end how can we build that up and what kind
of instructional practices can we you know can we Implement here to help to help build up that you know as Dr Berner mentioned here to hopefully start moving some of these kids out of these these tiered interior levels to to move from tier three to tier two or tier two to tier one um so that's the purpose behind the the weeks one and three uh weeks two and four um very similar to what we have done for years now it's hard to believe time has flown um but it's it's our student support strategies meeting where we get together within the various teams um we have six a sixth grade team a seventh grade team an eighth grade team in an encore we meet in a small group and we talk we just talk about kids
you know what our kids are what kids are on our radar how can we support them what can we what can we put in front of them to help them be successful so that that kind of rounds out our month here is weeks two and four are are our student support strategies meetings all right and now I'm going to turn it over to Mr Rogers okay so uh priority Number Four Financial Excellence it's all about maintaining fiscal responsible statistically responsible and efficient processes uh so my goal is really uh I kind of almost a culmination of everyone else's goals and making sure that we have the resources for them for each of their departments and schools obtain what they want to do for the school year um and more importantly this year too we want
to make sure that all staff have a voice and and if they feel like they have the resources they need so we've asked a couple more questions in terms on the staff support success survey to make sure that they uh they feel like they really have the most uh effective resources that they've requested that they need to do their job effectively so we're putting a large uh large amount of uh stress I'm just uh I'm just really making sure that we meet everyone's needs fill everyone's buckets provide everything that they that they really need to do their job so that falls from each of the administrators to each of the teachers that we have so I'm able to use a large variety of tools uh you know to make sure we're able to future proof
and plan ahead so forecast five has been a really wonderful tool that we started using last year I'm going to lean on it even more this year really just to make sure that we are going to uh use our resources effectively but we're going to end this year strong and we can still maintain the same level of transfers that we want to to make sure we're putting we're future proofing and putting money into construction projects that we may need to do to make sure we maintain these facilities and uh also just keep in mind with negotiations around the corner we want to still keep future proofing to make sure that we have enough to you know provide different salary and benefit resources to make this an attractive District both financially and um as a climate
there so uh this year we're just going to make sure that we do have a 250 000 Surplus still provide all the resources they need Mr handset all right for priority five Excellence Communications we have two goals for our first goal uh provide timely relevant and information our informative homeschool communication about student progress um we'll continue their connection with our families via our our staff our teachers connecting up with families to their Learning Management Systems so whether through seesaw and Diamond Lake school or Google classroom at uh the Westside campus will continue to grow and utilize our mass communication system School Messenger to be able to continuously communicate any events and updates and information for our families on a regular basis in many different Avenues uh in addition to that with regards to student progress
as we have are currently and continue to do so ensure that we are sharing any any secure document delivery of student reports that's including star reports as well as report cards um in addition to you know communicating and having our information our website social media and any sort of teacher Communications they happen outside of all the resources just shared just recently in addition to that this current school year we open up our PowerSchool Parent Portal not only just for a middle school but for the entire district-wide and it's kind of a learning curve for our Diamond Lake School in West Oak Intermediate School staff and how they that is implemented as well as our new families and our families that haven't utilized that as well one of the ways additionally outside of this to ensure
that our families are supported and they have access and help to do so our entire PowerSchool page that we have dedicated for supportive information and English and Spanish as well as a video on exactly from a parent perspective of how you get say or set up your account as well as our front office staff have been trained in to be able to help our families out the PowerSchool Parent Portal is just another way to get um feedback on student progress tapping in the classroom as well as on our website we post the frequency of how often it's updated because it's different per building and it's we want to ensure our families are well supported and informed uh based off of our student progress and how to obtain that regarding goal two encourage encouragement of parent
and family involvement in all school and district-wide events will continue to grow through uh not only our collaboration with our parent PTO but also how we communicate with our families to encouragement of being being involved not only in school events but also outside of school events that are happening such as the PTO event that happened recently for documentation purposes for goal two one of the things we've developed this current school year is a district activity Matrix essentially um a spreadsheet that's documented by month all the events that are happening whether it's a parent University or it's an event such as the the Diamondbacks that happened recently or any events are happening in the school this gives us a good understanding of a baseline understanding of all the events that have transpired over the course of
the year and the um attendance from uh people who are attending these events as well which is our families uh in addition to that going back to goal one uh our parent engagement survey is a huge uh informative survey that we learn about from our families and one of our goals uh to measure is 95 of response indicated that they have received timely information from their child's uh up from their child's teacher on his or her progress that's cool all right thank you and uh looking ahead our next steps um kind of follows the same plan that we um have put in place in the past that's been successful for us is tonight you'll be approving um the plan as presented or with any suggestions or updates that you may have and then once you
approve our plan um the district leadership team will create action plans and put together leadership and timeline as to who will oversee and follow up with them and when when we're going to reach those targets and when those assessments and surveys will be given out then we'll meet with each of the principals we'll meet they're building leadership teams to review and discuss priorities goals and action plan and then from there the professional advisory Council as well as the building leadership team shares that out with staff and make sure that they're monitoring it and those plcs are great opportunities for them to check up on their goals and see how they're doing um and then we will collectively and collaboratively put this plan into place with action steps that we've developed not only as a district
but also with our building leadership team and then as we always do our dlts and our building leadership team will have 100-day checkups in November February May and just check to see how we're doing so we don't get too far ahead and you know stop think and reflect on what's going well to kind of a continued start stop of how are we doing so far in our goals what is the data looking like how are our kids and interventions are our kids growing in our tears our teachers feeling good about what they're doing do they have the resources they need and then kind of do those adjustments as needed and then we will update you on our progress as we always do in February with the mid-year update and then in June with the end
of the year update on all of our goals and priorities so thank you to the district leadership team who helped put this presentation together and then also had such a very energizing and robust conversations around these goals we also had input from our professional advisory Council which is as you all know three members um from each of the buildings that work together and kind of give us input on yes if we're on the right track or things that they would like to see us prioritize in and so now this is an opportunity for you all to ask any questions or provide feedback if you'd like to see anything updated or changed okay I have I have a couple of questions are kind of all over the place so um I noticed in a bunch of
places it's talking about using Baseline data so should we expect next with next year's goals to see kind of year over year growth using that Baseline then to to look at how that's going to grow or changing the outcome to saying okay well we've established this Baseline next year we're you know we were at 50 you know participation or 50 whatever now we're looking at ending up at 80 is that kind of the goal right okay um and then also I had a question and the especially for priority I think to um or for a lot of the surveys in the past we've seen kind of like a spectrum of responses whether they're you know strongly agree agree but if you're looking at like 100 of um participation or 100 you know of um certified
staff are going to say they had an instructional walk through oh those responses just going to change to like yes or no the um see the walk through the documentation uh process that's happening right now is that our principals actually our leadership team will do walkthroughs and document um all the they'll go through this entire list of staff that are there so by able to see that they'll actually visually see that every staff has had a walk through because you'll be able to see that document or spreadsheet as well as that information is sure if it wasn't sure it is share with the staff afterwards as a debrief as well okay um so yeah that would essentially would establish that 100 for this particular goal and I just want to add that specifically looking at
priority two what we did is we looked at staff survey as well as the culture and climate survey as well as special coaching survey and we specifically put those questions in that ask that so we were looking for a hundred percent either yes or no or strongly agree or agree so for example um the first one 100 of Staff I'm on goal two excuse me I'm on priority two uh the first star under Target 100 of certified staff indicate they had an instructional leadership walkthrough and feedback was provided by an administrator that specific question is in their um survey yeah so they're going to say yes or no no I think that's great I'm just asking I think as a board when you're looking at 100 it's easier for us to see like a yes
or no rather than a spectrum because what is um disagree mean no but what's the difference between disagree and strongly disagree like really no you know so I think for us that would just be helpful because it would just make the data just crystal clear right like there wouldn't be we wouldn't have to speculate on our part whether or not something happened or try to interpret that um when I think that those ques like a question phrase like that lends itself to yes I did this or no I didn't do this um so that's why I'm just trying to my questions are mainly geared towards when the board is looking at this data at the end of the year you know are we going to have the tools to interpret it correctly you know as
you're intending us to interpret it um so then my next question is with regards to Priority One I think uh goal one when we're talking about having 100 of the kids k through eight showing growth through the tiers of instruction I think the district has done a really good job in previous presentations kind of showing us the movement between tiers but as a board we have discussed that tier one is a relatively large range of percentiles if you're talking about tier one is you know 30 and above um can we get more granular granular data in that area to kind of see how those students are moving and growing yeah and I'll say first going back to your last question so in that survey we did change a lot of them to yes no great
uh because so that we've thankfully we made that feedback so that always looks good um that we came up with that so in terms of this piece we the we're adding a fourth column that is going to show for to your point because it's so big are they moving so the way we were going to present it to the board and please give us feedback on this is that we were going to do not only a number of kids that are in each tier then we're going at the end tell you the percent of kids in that grade that made Positive Growth regardless of where they are and if they stayed in the tier so we were going to report it that way uh as so if there's a hundred kids 70 of them make
uh 70 of them make Positive Growth we're going to say 70 of our kids made Positive Growth so we weren't gonna um and some of these were aggregating it if you will we weren't going to break it apart so if the board like to see that we certainly can but that's how we were going to show you November we were going to test it out by doing Spring to Fall typically that's sure not where you see as much group but we're just we want to make sure we're we're communicating that to see if that's clear that's what the board wants sure and I think when we see that in November then we can give you back and forth for anything different I just I'd like to try to give feedback up front rather than say
in June hey could you please redo all the data that you spent all you're working on because we don't understand it you know so like anything that we can raise now I would rather do that than waste your time or ask you to kind of redo a task I I hate to to do that um I'm trying to think um I think for goal three the examples that all of you gave for your buildings I think were incredibly helpful for the board to understand how edu climber is used I think when we looked at that goal last year we understood kind of through the survey results the implementation but to hear how you're actually using data and how those discussions are happening is very useful to us so we could get some anecdotal feedback maybe
of how the decisions are actually used you know in individualized instruction it doesn't have to be specific it doesn't have to be for every grade but I think that gives us more insight to um you know when you come to us asking us our financial support some of these programs or some of these purchases then we can say okay we completely see why it's being used we can completely see the value we would love to be able to continue to support that so um so I appreciate what you what you've kind of explained to us tonight because I think that gave us a lot of insight that we wouldn't have had before um and then my last question is for you Eric Hanson um for goal five number two are you for that activity Matrix
um are you also tracking how that information is communicated out I know you very much track all the social media and but are you kind of tracking that to see if there's any correlation there between you know if this was sent out to parents via email via text whatever and then we saw this response and then if this was only sent out you know via Facebook we saw this response Communications definitely would be shared on all different platforms so one thing I I always do and I definitely will do here for sure for data is document um it's in my monthly documentation of communication for everything but in tied to this activity Matrix I'll pretty much have another column that has information on how it's conveyed and who it was I mean guaranteed I want
to hit it on every different Source because that's that's you never know how people want their information and how it comes to them so that's always great but I'll also document it within that Matrix as well so and that also helps with PTO when they do when they uh I obviously do a lot of communication for them so there I could convey the information on like x amount I went to surma people and this that and the other so we should have all that data there great thank you that's all my questions again thank you so much for all that information that are held um some on Ela some on social emotional uh instructional how long would you say those meetings last week um thank you foreign I was just curious to know when these
meetings were occurring because I know teachers are filled with their days are very filled so I just wanted to kind of get a sense of when these were being addressed and if it's during just exactly pretty good one hour ago sort of the same model during that fantastic okay so I just kind of want to piggyback on that um so like this might be kind of a weird question but like um do like the specials teachers participate in like the meetings that you're talking about math or um you're talking about um you know the language arts like how does that work is it do we try to get all of the teachers um focused on that specific subject or do they not participate in these meetings or how does it all kind of okay so
I can tell you I can tell you how we're doing it at DLS um in the grade levels when they have that one hour block of time that is because their children are in specialist classes at that time however our specials team they meet on Friday mornings and they follow the same exact schedule of ela math SEL and data because what they're doing is they're looking at these common core standards and incorporating them into their specials so that no matter where our kids are going we have that whole child approach that things can cross over curricularly things that you might be learning in math can certainly apply When you're counting how many baskets you're making in in PE class for example and things like that it also helps because based on the evaluation process and
the goals that our teachers need to set for evaluation they have to set it based on academic growth so it's giving our Specialist Team more of an opportunity to really dip into our curriculum look at those standards and figure out okay there are ways that this can be cross-curricular and we can make sure that what they're learning in the classroom can then transfer when they come here to the gym or the art room or the steam lab or anything like that and I would Echo that um so our weekly things are also matched up with our sip goals so we have an SEL goal we have a literacy goal we have a math goal um so they're for everybody's involved in that so what The Specialist Team do is they may not drill down in
the literacy as much as our literacy team would during that week but how can they incorporate that into what they're doing so they're focused on those same themes so then that way everybody's you know pulling everything in the same direction you know very much how we can build our own skills that's awesome thank you um and then I made little notes Here that executive functioning so um so my other question is oh I had to do with Goal number five in terms of providing timely um relevant information um I'm just curious you know we just recently got like the star scores emailed out which is great to have that information but um are we able to give parents more like detailed um of a breakdown of where their kids might be hitting some challenges on
it um because I know it's like a progressive or I would have what do you call it a um what's it called adaptive adaptive test and so you know some of our students might not you know be getting as high of a score as they as they could be because they're kind of getting caught up on some of these things that parents could be working with them at home if they knew like where to focus you know um I'm just curious if maybe that might be something that we could uh integrate into some of the communications with parents for a follow-up of okay here's the report the star star parent report just letting you know about uh just that particular assessment but then follow-up resources to Aiden eight into like oh this is what they
uh a student has scored um these would be helpful research are you looking for something like like helpful resources or more robust report outside of the parent report you're looking for I think I I think I actually got this um for one of my children a couple years ago when um they were having a little hard time with with some math concepts and um and it was helpful for me to kind of get an idea of where the Hang-Ups were um but you know I mean what I it's up to you guys it's just more of a suggestion I guess the short answer is yes that information's there um it's whether or not um the general knowledge is there to understand what the report's showing you so we could we could develop um a system
so that we can take the time to sit down and walk you through it or any you know any parent through it so you know what you're looking at but yes there's information it's a deeper dive for sure than what is on the parent report that parent report is more of a summary of the score you know what are they and so forth but uh you can there are reports within the Renaissance system that can break that down more yeah I was just gonna add that pizza it would be a matter of looking at is there something user friendly that could be pulled out in terms of all the sub skills so yeah they're definitely there just a matter of can we run something through Renaissance that would be clean and then get it to
families so it's certainly could be on an individual basis but in terms of a corporate or a whole District we just have to mess around and see what we can do because there is a lot there that is available I mean I almost as a parent I would almost rather get a little bit too uh much information on it where I could just Google it at least and be like oh that's what you know the number sense or whatever she's having a problem with versus just being like I don't even know where to be in you know definitely I think that's the reason we're going to standards based report cards as well to that exact point so it's definitely worth looking at and US seeing what we can do to send out something that is
more robust because it is available awesome um and I just want to thank you guys for all of the so this I'm it makes me excited to hear about um just all of the creative um you know thought that you guys put into um bettering our schools and and making ourselves stronger so thank you [Music] um I just have a couple couple questions or points one is uh I love the fact that so many of the goals so many the targets are data driven they're going to be measurable and uh that's something that we had we had specifically asked for and really appreciate you you you responding this way so so quickly um given that so many of the uh uh given that there are a lot of measures that are going to be based
on surveys surveys with kids surveys with teachers um are there ways that we can ensure even greater participation in the surveys because the the the the value and the results are gonna will really hold strong if we have you know a robust sample size and I think whether it was in one of the kids last year or one of the teacher surveys you know we didn't quite get uh as many we there was a chunk that we didn't get so um just just a suggestion that you know a focus on insuring or almost uh demanding uh folks to folks to respond uh second is uh I just wanted to add one thing I love uh to to uh Mr Hansen's uh goals love the goals uh on excellence in communication um one thing I didn't
want to get lost is whether or not it turns into a formal goal or not Community communication and and I know that for example you know there's the year-end report that goes out which is excellent um one thing that would be great to see as we continue down the path is what other ways can we communicate the successes that we're having here um to folks who aren't parents at the school but folks who you know they're taxpayers but not just that but you know we've talked about you know uh real estate agents stuff like that because um we just want to make sure that uh that the district and all of you are getting full credit for everything that you're doing so I just throw that in there but thanks all very much we have
reached out to you know a few Realtors I know prior to covet we did kind of a community engagement presentation um it was done via Zoom but maybe we just revisit that again and invite have an open house now that the schools you know and our world is opening up again you know maybe having those real estate agents come in and just local business owners just so they can see oh absolutely and I I didn't mean to imply that we weren't doing it it's just that you know since it wasn't a formal goal I just wanted to uh reiterate that it's something that that would be very valuable no we appreciate that I'm sorry I'm just gonna say anyone else does anyone have any other questions no okay well again thank you very much for
all the time that you put into this um kind of to Echo what my colleague said it's clear that a lot of creative thought has gone into the presentation and looking forward looking you know ahead to the goals for next year and we really do look forward to getting updates from you um in February and in June it's exciting to see kind of all the progress and then our continued forward trajectory so thank you we appreciate your time there thank you you okay um that wraps up presentations for the evening and now we will move on to our business agenda we have a number of items for action on the agenda um the first item for Action is the Omnibus vote agenda items under the Omnibus photogender are considered routine and or non-controversial and will

the resignation agreement and general release between the Diamond Lake 76 Board of Education and Lisa Bischoff has presented may I have a motion to approve please so move second Mr haltman yes Mr Candela yes Ms zangarola Ms Bayless yes Miss Hale yes Miss Sullivan that motion is also approved and moving on to her final item on our business agenda which is an administrative item approving the 2022-2023 district goals and priorities be it resolved the Diamond Lake 76 Board of Education accepts and approves the 2022-2023 district goals and priorities as presented may I have a motion to approve please oh second Mr Candela yes Mr houtman yes Ms zangarola Ms Bayless yes Miss Hale yes Miss Sullivan that motion also is approved um that concludes our business agenda for this evening moving on to more discussion
I have two items for board discussion um one is just a follow-up to our um diversity equity and inclusion training I spoke with the ISB representative and she gave me like four no six different dates so I'm just gonna give them to you I'll follow up with an email and if you could just let me know what date you prefer um she said November 2nd or November 3rd or then looking at January January 11th 12th 18th or 19th and again I'll follow up by email so you have it in writing but if you could all just let me know um kind of maybe your first and second choices that would be helpful and then my the second item I wanted to bring up for board discussion is something that actually Mrs Sullivan brought to my
attention but the iesb resolutions packet is now available it's available online hopefully they'll be sending us a hard copy as well just because it's long um and sometimes it helps to have it in paper form there was um I think we all discussed a couple months ago District 120 had put forth a firearm dealer location resolution the current law in Illinois is that a firearm dealer has to be 500 feet from the school daycare there's a number of other um locations in there and the the district 120 was proposing a 1500 feet as the changed language there um and so um I mean Sullivan do you want me to turn it over to you okay so um let me just pull this up real quick so basically the resolutions committee um decided to recommend to
not adapt expanding the buffer zone which I don't think comes as a big surprise to any of us based on the history of how they choose um which resolutions they choose to recommend or not recommend um my concern with this though has to do with their analysis um which seems very bizarre um so the rationale on their recommendation to not approve it it says um the committee was concerned with the process for exemptions for current firearm dealers within the 1500 foot radius and who might fall under the death who might fall under the definition of firearms dealers the committee understood the point about the trauma that might be caused by seeing gun advertisements which I've heard from District 120 wasn't even part of the conversation um from from a classroom but thought a different statement
about firearm advertising might be more impactful than increasing the radius for firearms dealers so number one the current law already has um you know a a process in place for implementing um these these buffer zones um basically you know if you're if you're if you have a gun store within that space it's already grandfathered in but as of you know any new legislation coming out um then then it wouldn't allow any any additional gun stores to be that close um bigger picture though I mean all of these resolutions are essentially to support theoretical future legislation right and I don't see them concerning themselves with the minutia of implementing any of these other resolutions um it's just strange they're res they're they're they're rationale is just very strange um the concern over the firearm dealers rights
to sell guns next to a school is just I I have a big problem with it um there's not even any like acknowledgment of of actual physical safety of students either um so I'm planning on writing an email to the resolutions committee um members each of them um and I just didn't know if anyone else was interested in as a board if we wanted to um consider doing something along those lines or not I know District 120 is considering whether or not they want to file an a formal Appeal on this decision um but I don't know what good it would even do since this is already you know been sent out um and they're kind of debating that amongst themselves as well does it then bring it to discussion on the floor or no
I'm not sure I know that they're researching in the past I distinctly remember ones that are recommended is do not adopt and that still had discussion on the floor because I think they still require like a two-thirds vote to get out of to be appealed but I'm not I'm not 100 on the procedure I just do remember there were resolutions that have been recommended do not adopt that have been discussed when I've gone to the delegate assembly meetings so you know hopefully there will be able they'll be able to do that or have more discussion on that um I was good well two things I was going to ask would it be worthwhile for us to talk to other local School awards like 112 in Highland Park to see if I'll if you know more
than you know additional people would lend their support um to that you know when we look at I was looking today at the resolutions and I was looking at iasb lists out their core advocacy values and there's three values that I think that this is counter indicative to which you know one is advocates for legislation that supports a physical and emotional well-being of students and staff another one is supports a safe and secure learning environment for all and the last one is promotes non-partisan uh member engagement and really I think over I don't know this is going to be my eighth year on the board over the last eight years we've seen a lot of very partisan arguments from the resolutions committee that that seem to be losing focus of kind of what their core
advocacy values are and are looking at maybe more of a and are taking more of a partisan um position that that likely is supported by their communities but to me it loses sight of kind of the reason why they're there um and it loses Focus over you know we're really looking at how do we support the students and the staff and make sure that you know they're in a secure and safe learning environment right um so yeah so I guess you know my my thought would be is it worthwhile to reach out to other districts and see if we could have a larger effort um you know and certainly we can talk as a board you know do we want to send a letter as a board saying you know we would like to question
this rationale because it doesn't seem to fit with the advocacy principles here and and previous um like the safe gun storage that that resolution that's come up a number of times they had similar rationale in the past too where um you know last year there was inconsistent rationale where they said we don't want to go into someone's home to tell them what to do but then there was another resolution where basically they were going into someone's home to tell them what to do so it's just the the positioning that they're taking is inconsistent yeah I'll just jump in I agree when I read that today um I I thought their rationale I thought you know my immediate reaction was you got to be freaking kidding me because it was you know such a bizarre um
point of view that that they'd be more worried about the the the the firearm stores than they are than the schools um you know you they could support it or not but the rationale that you know what's going to happen to the firearm stores is is is beyond what iasb ought to be concerning themselves with um particularly when they're really what they're asking for is which are the things that we should use our lobbying power behind right in Springfield um also the one of one of the uh proposed motions didn't even make it on really unsafe storage and because it requires two-thirds of the committee to approve it if it had been brought up the year before yeah and they clearly didn't get two-thirds of the committee and I guess my my only question was
you know who's on you know how do they populate that that resolutions committee do we know I mean we could take this offline but I would need to look into it to give you the most accurate answer it appears that there's a member essentially from each Regional area that's represented um and I don't know how that person is chosen or elected that's the piece of information that I'm missing it's more like how are these regions divided up it's almost like the Senate where it doesn't matter how many people you represent pretty much just like a county region but but then like cook is divided into North and South Cook and that's what it looks like to me I don't know if that's the exact breakdown but that's how it does look but yeah I mean
I think it would be interesting for us to have more insight into um the resolutions committee discussion I will say that I think that there is a call um probably in October or maybe early November where they will discuss the resolutions um for anyone that's going to be the delegate to go and vote and when I attended that call last year and I think the year before as well they gave more of the reasoning you heard the resolutions committee discuss it um I wish that was done in advance so that you know districts could listen in and hear exactly what kind of how they're reaching this agreement because some of what they said did not necessarily support the rationale that they provided in writing and I understand that it might be one committee member's view
right and it's not necessarily the majority and so maybe what the majority thought is the rationale that's provided but it provided additional insight to um kind of the the way that they voted and I wish that there was a little bit more transparency there so at least we could have a better understanding of kind of the discussion and and the reason why you know each member voted the way that they did foreign numbers and if we can get some of the other school boards um to you know similarly voice their concerns along with us I think that would be beneficial um I mean I plan to personally write an email sure strongly worded email sure yeah no I think as a as a board I think you know the more the more people we can
represent or get you know under our umbrella the more powerful our arguments are possibly they might not care okay so then I I'll follow up with that and I'll follow up with you guys the email and then at the October 4 meeting does anyone disagree with that approach okay um as a as an aside we do need to to go through and discuss the resolutions um we essentially have three board meetings prior to um the conference the triple I conference where they will be voted on on that what is it the November 19th is that the Saturday yeah okay um so we could start discussion October 18th if you would like we could also you know push that off till November 1st I would prefer to start it earlier just to make sure we can
give every you know um resolution you know the amount of time it it merits so um hopefully we will get paid like a paper version of that packet to have that meeting just to kind of go through but um I can send everyone the link to the committee report that's available online so everyone has access to that to read and I'll go ahead and do that after this meeting today and then we also need to select and we can do that in October or you know just a volunteer whoever would like to go on the 19th and represent our district and vote um so I know that there are some presentations usually the presentations tend to conflict with the voting so um we can just look at the timing there and and um maybe in
October or the first November meeting uh figure out who would like to go represent the district does that sound good sounds great okay great thank you again um though for bringing that to our attention Vicky that's it's very much appreciated they don't do a good job of publicizing exactly when this goes out I don't know why but they don't okay um does anyone have anything else for board discussion okay then moving on to Freedom of Information requests we had one for smart procure that was fulfilled um moving on to notices and Communications we have um the board meeting calendar as usual um again with that you know if you know in advance that you're going to be unable to attend a board meeting please just let Bob Know Myself know so we can plan and
ensure that we have quorum um then we will move on to public comments and petitions on non-agenda items um we no longer have anyone in the room so I will um look at any of our virtual visitors and see if anyone has a public comment or petition and if they do if they'd like to go ahead and type that into the chat box we are happy to read that into the meeting and we will pause you know for a couple seconds to allow you to do so thank you foreign there being no public comments we move on to others does anyone have any others this evening yes um nope okay um we do not have executive session this evening so we will just move to adjourn can I get a motion to adjourn please wait
sorry Mr Candela yes Ms Sullivan MS angarola Ms Bayless yes Miss Hale yes Mr Howard yes
