they closed spr they did I not sign something you have to sign all the lines because it's from different schools okay sorry about that sorry about that I will try to be coachable this I've been think she the script yes yeah I think that's what you said I just want to make sure that's the what we're the one yes thanks I'd be reading right on ready all righty ready to go yep okay I think we're ready to get started board of education has been enclosed executive session to conduct student expulsion hearings and discuss the appointment employment compensation discipline performance or dismissal of specific employees of the public body and Collective negotiating matters between the board and representatives of its employees no action was taken during closed executive session I I will now ask everyone to

join me in the pl pledge pledge allegiance to the flag of the United States of America and to the Republic for which it stands one nation under God indivisible with liberty and justice for all do we have a recommendation for tonight's agenda yes we do I recommend the board approved tonight's January 23rd 2024 Open Session board meeting agenda as for presented can I have a motion so moved second any discussion all in favor signify by saying I those opposed motion's carried well now there you go Maria is right ahead of me here tonight good evening president Clevenger superintendent Clark Melissa and board members I am very excited to introduce this evening's District highlight principal Holly kitson is here from pars Elementary I think I have a presentation good evening Dr Clark Miss Bradford Mr Clevenger

Mr Dion and members of the board I'm excited to talk about Parson's Grand Adventure over the last three years we have merged come out of Co and now we're kind of hitting the Road you know putting the rubber to the road as they say so we'll get started and we're just going to do a quick look at our whoops we're going to talk about celebrations our success and our upcoming plans I don't this isn't the right this isn't the right one I don't think they've updated it but our vision statement um we believe that we want our students to be independent adaptable and engaged critical thinkers and that are prepared to thrive and contribute to our community um we will respect human dignity and celebrate diversities while preparing to be responsible citizens so we have

a lot of big goals in our vision statement and we believe our kids should leave Parsons with these values and we work hard every day to make sure that we are working towards these let's see if this will open it's not moving forward next slide oh it went way forward there we go okay so I did do some updates and so this is not the same presentation I have so we're going to be a little out of order but we're heading in the right direction our reading if you look at these numbers last year we took numbers from fall to winter growth in our students and you can see that in all but one of our grade levels our growth this year is greater than it was last year and it is the first time

in the 5 years I've been at Parsons that we met our midyear reading goal for the building so we met our growth goal and we hope to surpass it by the end of the school year and math we are looking at the same we even had we've had greater growth gains for our math scores as well and we are one percentage point off of meeting our math goals for this school year for the middle of the year so we're going to keep plugging away and we're going to meet those this year we have big goals at Parsons and in the next three to five years we really do have the goal and everybody is working towards having 90% of our Scholars proficient at grade level standards um last year I had the opportunity to go

to Harvard and one of the big um things that we took away is that a lot of times we start with the what what do we have what curriculum do we have what resource do we have and how do we make it work for us and instead of looking at our first and moving out in those rings of how we're going to do it and what we're going to do to achieve our goals and so at the beginning of this school year we really focused on our why and in the end our kids deserve it our Scholars can achieve it we have a lot of things to prepare our Scholars for in the future and so we really dug into our why and how we were going to get there um you guys everybody knows

we're facing big challenges our scores are lower than they've ever been and we have to do some things a little differently because if we don't make some changes we're going to continue on the path that we have been on and we have to change that so at Parsons we've done a few things a little differently and these are the things that we are focused on over the last couple of years we've implemented a structure um for daily five that includes small group instruction we're currently kind of doing some research and to see if this is the best structure to meet our kids' needs um we last year I spoke about our walk to Intervention Program where we focused on tier 2 and tier three students um with everybody being in some kind of small group

based on tier two and tier three needs and we we flipped that 30 minutes a day to tier one direct phonics instruction so 100% of our students are receiving phonics instruction at their grade level so our third graders are getting third grade phonics instruction and it's not easy because not all of them are ready for it but we are seeing I had a teacher in fact come to me the other day and she's like Holly one of my students who claims to be a non-reader said I can read every word on this page oh wow and so we are seeing great gains and I would invite anybody to come over and take a peek at what that tier one instruction looks like but we're moving forward this spring we're going to continue that path and

we're moving forward this spring into focusing on baselines of teaching math instruction what what number sense should look like and then we're going to move through those processes so our goal you know that goal to get to 90% we have to have our students getting tier one grade level instruction in all content areas so that's a goal that we'll be working on go moving forward and so to celebrate I want to share some great things about Parsons right now we have 100% of our grade level classrooms with licensed certified teachers there's not a classroom that doesn't have a certified teacher in it um 100% of our K2 classrooms have awesome Tas we currently have one vacant ta position and we have one music position filled with a long-term sub we have adults in our building

who are determined to make a difference they they come every day and we we celebrate them with a little fun this is one of the best activities we did some pictures of our staff being silly but we um passed they each had envelope with a little snowman in it and they had to go around the building and find their partners and then they had to send us a picture with a coat on it and you the laughs the fun the pictures this is one of the fun pictures but we had pictures of teachers doing handstands I mean they really enjoy that so we try to do team building you know games celebrations lunches throughout the school year to make sure that they know that they are appreciated we continued our s success spell this year

it has the students have been making and meeting their goals so quickly we had to split our primary and intermediate bell ringing days so one week we do intermediate the next week we do primary and typically we have 30 to 40 students who ring the success bell every Thursday morning and today everybody saw we got our book vending machine so we will be utilizing this to celebrate our Scholars of the month and so each classroom will nominate a student who has you know shown good citizenship good work ethic and good attendance they'll get that fancy gold coin and they'll get to come pick out a book from the vending machine in addition to the scholars of the month we are also looking for students who are doing great things are going above and beyond and

being kind or helping out each other so we have a a number of coins above our Scholars of the month that will be given out by teachers and staff in the building we're going to we've been celebrating attendance and we're up we're up about 3% from last year and we're going to continue to work on that but we've done monthly we do weekly celebrations of two classrooms that have the highest percentage for the week before and then we have a monthly celebration for the two highest attendance classrooms and all students with perfect attendance we've held breakfasts they've done cookie decorating so we've had a hot cocoa bar caramel apple treats um we have coming up a movie and popcorn um incentive coming for February and this is something we're really proud of because we want

to see that growth and so each year we last year we started the race to success medal celebration we do it in January and then again in May based on our fast bridge scores and this year our comparison we took the data from last January and compared it to this January and our for reading our gold medals from last January were 23 my GL I can't read very well um and this year we're giv 51 to readers and that means they have grown at least 30 points or more on their fast Bridge assessment um our Silvers went from 36 to 50 and that means they've grown at least 20 points and then our bronze um went from 104 to 118 and that means they've grown up at least 10 points um on their fast Bridge

we've done the same in math and the scores this were our calculations are a little different because the scoring is a little different for math compared to reading but you can see we've we've grown in the growth area for all of those as well so we're really proud to see that this is is blossoming and we want to celebrate Partnerships and there was one on my updated presentation I want to say a big thank you to simp they have partnered with us and we do a lot of great work with them including our um young Queens program and we have young ladies who are volunteering who are leading um activities in our building and you know this Friday I have a group of ladies who are going to be uh leading at the fun activity

out at the um Conference Center the winter wonderland so a group of my girls are going to be working out there with them so they've just done a really great job of supporting our school and our Scholars FCC continues to support us and our staff they do great things by you know for example they provide t-shirts for our entire staff and our Scholars um and and I can't thank enough our families and Scholars things like our book vending machine they would it wouldn't happen without them um th that money for all of those things today was completely raised by our families and our students and staff so and Cancer Care for the last two years has sponsored us at Christmas time by providing us with recess supplies and just extra things like you know tissues

and those little things so great organizations we get to partner with um we have our founders day coming up it's going to be a multicultural event um we are going to focus on um judge Parsons and the founding of Parson Elementary but we will also be including a lot of events and foods for that represent all the different cultures we have in our building so it'll be a fun evening and everyone is welcome and that's it it's time it's an awesome time to be a fierce scholar so got any questions nice presentation thank you thank you no questions all right I'll just make a quick comment yes um you're saying that your your construction zone stuff yeah is you don't know if it's the right you know when you when you made the comment about

you don't know if it's the right five or whatever so you know like research changes things change things change so you know I've been in in education and lots of us have balanced literacy has been the focus there's a lot of research coming out about building knowledge with our kids and and using our resources in kind of a little bit different way instead of maybe a skill-based focus focus on content and vocabulary and get them into things so so as a building and as just because I'm a learner as well I've been doing a lot of reading and research and working with my leadership team and my teachers so as our leadership team talks we'll discuss how how we best can utilize our time yeah so yeah that was my observation is whatever you're doing

apparently is working because the um growth is significant I really noticed the kindergarten level and I can say like I would invite anybody to come over that that flipped time instead of focusing on our deficits we really need to focus on where we want our kids to be and so switching thatly focus of tier two and tier three to solid tier one instruction and we are taking a different approach because it's direct instruction the teachers model the kids do it with her then they do the work independently but you can walk into our kindergarten classrooms and I can hear students kindergarteners say I'm GNA say I'm trying to think of a word they can you can give them a word tell them to take this sound off and put this sound on and they can

give you the new word these are kindergarteners right and that's what I'm saying I noticed your growth was very significant for kindergarten and that's really impressive um so this model that you're currently doing is working um but I know everything has to change and things are fluid I get all that y um but I would hopefully so we hope to continue that tier one model for that 30 minutes and then we are going to hopefully we use um these materials as well for tier 2 and tier three and our crosscat students have been using it we used title money and Essa funds for the last 3 years to build up this phonics you know the phonics resource and so I do think it's making a huge difference and I'm excited to see what it looks

like as hopefully some of the other schools can maybe adapt I know that American Dream working with us so yeah so we're we're seeing it and I think and if you listen there's a lot of Science of reading research going on it focuses mostly on the phonics piece but we also and that's why knowledge is up there and the curriculum piece for daily five we have to not only look at phonics we have to look at the comprehension side of it as well so yeah a very good job very impressive so thank you thank that was one of the first thoughts that I had when I saw the slide was um you know where does the pandemic fit into that but then you're right I mean with the kindergarten I mean I don't know that

it's necessarily because we're coming off of off of pandemic mode but more the interventions so yeah because they can't keep using CO as an excuse right right any other thoughts no okay we'll now move on to public participation Board of Education would like to note the following during public participation identify oneself and be brief comments should be limited to 3 minutes uh any public comments submitted to the board secretary will be included in the record president cler there are none there are no public comments tonight do I see anybody in the audience for public comment if not we will move directly past that and move on to board committee reports are there any reports this evening from the administrator assigned to each committee there are no committee reports this evening from Administration thank you we'll

move on to our Junior board member reports and they must have Student Activities tonight and they're out attending those so cars okay tonight yeah so we'll look forward to seeing them at the next meeting now we'll move on to board discussion is there anything any board member would like to bring up at this point in time yeah I do um this form we have for U Dr Clark's evaluation I being a relatively new board member Dr Clark there's some there's some things like it talks about curriculum implementation and student growth and I have no idea where we what we're doing um or what you're doing this is I'm not I'm not accusing I'm not attacking okay I'm asking like update board annually on overall progress of student achievements align curriculum instructions across grade levels to

streamline academic Focus from grades K through 12 use data to access student growth these are things I I don't feel adequate to answer I I don't and I don't know if there's things that you can tell me or tell us as a board that can raise raise our level of understanding what's what you're doing I don't want to give you you know whole number be only because I don't know yes follow me yes I do I think I think a lot of us would find other things on this evaluation that we we don't feel competent enough to say something and if we can't it degrades the value of the evaluation and and I acknowledge Al saying this a couple of times before too so is there a way for us to get better at this

so I believe and I will have to have thank you um because I believe it's closed session information that he's seeking I could be wrong do do you mean close session is in specifics or process know now the process I can speak to but I just need to make go ahead make sure yeah so the you know what a board member might put on the evaluation whether that's comments or a score that that would be appropriate for a closed session General process discussions timing um sort of where we get this information from to do the evaluation you know what what a category means that's perfectly appropriate for open but but you would not generally discuss the scores the metrics the evaluation comments concerns that's all appropriate for close process and timing is appropriate for open

okay thank you so based on what he just said I will be providing you uh with information that you will need so every year uh tnl will speak to the progress and every year you will see a catalog of courses and how they align to State Standards so I provide you with that information okay because I guess you Bill told me we're going to get this done at the end of next month right we we are on track to evaluate Dr Clark during the month of February yes so when are you going to do the information for us it's all it's available I can send it to you it's all of it all of it is available okay thank you so just to clarify in process uh we have this tool now the evaluation tool

there's a self- evaluation tool as well correct it's the same thing okay okay so you'll fill out one and then we'll we'll complete that on our side so I'm filling out one giving you my supporting documents and then you go from there okay and then okay so we'll do that uh and we'll come back uh one of the two meetings in February complete this evaluation and then make that known after the 1 of March that's correct okay uh by by contract with Dr Clark we as a board owe her a a review uh by the end of February um and I think we're on we're on track to do that at this point in time so and I know that we initially disc started discussing this in November of this year but um you know

some of this process piece some of the goal side I understand that this pged against a contract but i' I'd like to ask and I know we've talked about this but at one of the future board meetings in February to actually have a plan or the assemblance of a plan or putting together an ad hoc committee to actually get a process here um and to act to have tools that not only uh work with what isbe says or what the Illinois Association School Board suggests but to build an actual process around this that um aligns with the goalss and I understand we don't have goals at the moment uh because we don't have uh we don't have a larger strategic plan but to align the goals of what we require as part of a superintendent

uh what we want to see because you know there's a lot of good stuff in here of course but there's not and and I understand that the metrics are coming but when we talk about being the arm of the community the representatives of the community I think that we need to do a better job to show quantifiable uh quantifiable and also qualitative data uh that really Paints the picture of not only the health uh um of where the superintendent is uh either doing well or doing poorly but also as a view of the district so yeah I think that's our plan I mean well can't say our plan I think that that's one thing that was mentioned is working on the next evalu start starting that process by determining what tool to use after that

um I don't know you mentioned February do you think that that would get in the way of completing this evaluation though if we were to do that or as soon as we get done with that on the heels of that start the next process I think that we need to review what this process was you know and and one of the things that I'm not clear about and one of the things I struggle with is I see things in terms of my professional life uh both in nonprofit sector and now uh in the corporate world about after Action reviews putting together tools tools and processes that can continuously be uh can continuously be used and I understand that that has to change but the bigger question is if we take the time say in our

March and I know our March meetings are off but in the March meetings to review if this tool worked if it got the if it got us to where we need to be and then also to say this is how we're going to move forward we don't have to have a plan we don't have to have tools but we have to but I would like to see that we have a better plan coming into the evaluation part so we can have maybe a two-part conversation on this so there can be the presentation of this is all the data that Dr Clark has put together and then there is the discussion piece and that it does not have to overly compete with it with student hearings uh administration hearings things like that it's just this has

been rushed and not rushed but this has been uh better than last time uh from the community side uh I was not on the board then but it's been better than last last time I think we just have room for improvement oh definitely yeah I think it's going to be interesting too as and I I fully concur with that I think it's going to be interesting as we move down this these parallel tracks now with our planning process that we're going to be undertaking or we are undertaking now to try to move some of that planning process into uh the formal review for our superintendent as well so uh I think getting started on that in March is is perfectly appropriate in fact the matter I I think necessary that we get started and get

an early start on it any other comments I have a question can someone um educate me on when we use an e-learning day versus a snow day and why we haven't used any e-learning days and why don't we have extra days added on to the end of our calendar for when we do use snow days the lot so you mean I'm going to try item a what's e-learning versus snow day so uh with the e-learning days these are days that um we got approved by the regional Office of Education and you can jump in at any time and we were able to utilize those days um so that you don't have to make days up but students have to have their devices and they have to be able to access the information when you use

a snow day you do have to uh make those days up at the end of the calendar there are five emergency days which are our snow days so every time we use one it's added on to the end of the year okay I knew all that I guess I'm sorry I guess I wasn't clear on my question I'm like why haven't we utilized e-learning days because there's information for students to use on the website but one e-learning day there were IT issues and the second one was we went straight to a snow day and I understand most students cuz my kids I don't let them bring their iPads home um but I've also voiced that said as a parent I'm like well we need to have a plan in place so if we I know

you can't predict the weather I understand that but there are so many students who don't take their iPads home or don't have the ability to have you know Wi-Fi at home things like that so then I'm guessing why do we have them so what we're going to do we just realize that a lot of our kids like you said are not taking them home and then when they are taking them home they're not getting the access they say that they need so we're still going to have e-learning days but we're also going to do something a little different but we do need to go back and make sure that it's going to be okay to do what we're thinking because of the way we have it written and how it was approved so if you

look at our language it says and I'm paraphrasing that we will make sure that students have devices well when the first e-learning day came we didn't know that they were going to need those devices when the second day came and we started making calls we still learn kids did not take devices home so we don't want to put a burden on families when we didn't ensure that the technology was there and even with the technology there we still have to make sure that parents are able to access it or at least know that it's coming so they can make the necessary preparations that they need but the backup plan that we have we just want to make sure that it's going to be okay so we've already um put everything together is just making that

next connection and say hey this is what we want to do to ensure that our kids have learning taking place and then I'll share more with you once I get that approval okay I believe so yeah I'm looking at the website right home activities academic resources at home activities and practice yes and we just updated those so we have k through eight am I correct yes we just updated all of those to make sure that they had plenty of work to do now is that are those acceptable to use on e-learning days they are acceptable if I'm not we're talking about on the line yeah they are acceptable to use you do have to make sure that the devices are home though yeah because I mean so is it fair to say that we're working

on a plan that does not involve taking home your devices yes okay would that plan involve taking something home absolutely now the reason I asked that is I mean if you if you get into a position recently where um something happens and you have to call it and you can't say take home take something home tonight because you don't have time um I guess is that what the plan is to add prevent that because I mean I think that's part of the frustration right that we we're already pushing into June yeah yeah well actually the only people that are pushing into June of course is I'm Dennis they were already there to begin with and I believe we're only what is that the last week of May last week of May thank you um and

so the other piece is just not us like we do have to collaborate with our Union leadership of course so we're putting some things together to bring forth so that we can all sit down at the table and say hey do you think this is doable and then once we're all on the same page then I can go to the next level and say hey this is what we're thinking right so okay thank you problem that actually answered all of my question oh okay then all right there we go yes I yeah I we all received a communication from a former librarian in our school district and I know I've talked with uh lots of people in education about this in the P I know there's very few certified Librarians out there um but I

do know from personal experience how certified Librarians can be a wonderful asset to a reading program in an elementary school um I would think it'd be uh very wise of us to have a permanent vacancy opening for certified Librarians if we can find one it's a great addition um and the district then can decide what school school would be best to send them to same way with teaching assistance I think I mentioned this before we've filled almost all the K12 classrooms but we still need teaching assistance in three four and five and we haven't had a job fair this year because we don't have a full-time human resource director that's a very important thing that I hope we soon see um I think there's a lot of people out there that we could approach for

teaching assistance also um I hope that all the students at Richland studying early childhood education know that we would very much be happy to have them be hired they can be hired um and be teaching assistance and be earning some money while they're getting their education um I just think these are things that are important for us to keep pushing because improving you know one of the biggest priorities in the school district as the Parsons principal talked a lot about was improving our um academic levels of reading and math in the elementary schools and these are these are some suggestions I think we just still need to keep pushing and before Dean answers um and to bring up a question um I know that the requirements of the rules for teaching assistance has changed recently

like regulations for um is there a do we have a program that allows for tuition and is like reimbursement yeah there is tuition reimbursement within the contct there was Echo from the mic um the if a person were to take advantage of the recent changes in the regulations and and become a TA without a degree um could they do we have tuition assistant that they could take advantage of to to further their education and then possibly move into the teaching teacher ready or whatever teacher ready right now is just for the the subs but there is um tuition reimbursement outlined in the TA contract okay also there's a there's a foundation that works with Richland students they are paying for all classes for people who want to get into education so they don't need tuition

reimbursement they're getting they're getting their classes for free much like in the medical field yeah so I mean these These are areas that they're able to get free college classes and they can also get paid by us to help us out in terms of giving as much help to our students as we can yeah then I do have questions about the library stuff too we're going to let you answer because you know that ties into the whole education and you know so I'll let you so I will I will have um Ariel Post a certified librarium you are correct they're they are very hard to come by but we can certainly put one up and keep it posted um we do have confirmation on the job fair we just haven't put out the all the

information yet we're working with Communications but it is March 6 that MacArthur from 4 to six so as soon as we get I think you are working with Ariel on Flyers we will get some more information to the board okay great thank you any other questions yeah so you say post a certified librarian Physicians I will I haven't but I will yeah yeah um I just want to clarify we're talking one position I mean I guess where where would a certified librarian be um there is a position at PDI there's a coordinator position it would be yes it would be a district y single position okay all right um I'm just thinking back to like my days in the library and research and not knowing how to use certain things and you know the assistance

that I got from Librarians I mean what does how does that certified librarian position function with relation to the LI people on the ground in the library so right now the library taas would report work with that person and they would provide PD they would provide guidance at the district level okay anything you want to add uh training as well and training and I'm guessing the reason we don't put certified in each library is we don't have can't find them right that's correct well I mean we're helping people become teachers do we have a function in place to help people become librarian certified libran yes with the teacher vacancy Grant we are paying for a second master so if there are people in the DEA that currently have a masters and they want to use

as a second Masters they can go through our process there's also tuition reimbursement in the current DEA contract for people that would be interested in that okay yeah I I don't know if these are I I didn't know about these things I don't know if these are does everybody know about them about what about the programs that are available have communicated um to certified staff through different meetings but yeah there are just I did not interrupt I apologize but I think it's just more of a um if someone's interested they just need to do some of that research whether it be you know cont contacting deian or contacting someone at Richland or mil you know I'm just picking schools at random here because there are just so many other resources that I mean that that

even I don't know about several of them if that makes sense not that I know all of them but I mean are they are these listing of these resources available through DPS are they listed on the website in the contract they are there's also processes listed so for the teacher vacancy Grant we have a small committee and we are meeting weekly we've created a process chart and our next um our next task is to send that out to the certified staff so that they know where to look they know what forms to fill out they know how to get reimbursement so we are in process with that yeah I wonder if it might be more beneficial to put it on the public facing web page because then I mean then teaching it will be was

at one point we remove it we can upd okay okay um so then it's going to go back on when it's updated that's once we get this we will have a link to the letter that I'll send out and it will go on the website that way they can if they don't get the email they will it'll be on the website then I'm guessing certified librarian is a specialist position does that include the difference in Pay it's a DEA position so it would be a DEA position with a masters okay so it's even though it's a coordinator Any teacher correct anything else I don't know is there a way to incentivize those positions I mean it's a contract thing then right so that would be a that would yes yeah I mean but it's confusing

thank you yeah cool thanks thanks okay any other comments thanks we'll move on to reports from Administration Dr Clark okay um we want to um thank you where are thank you so um one of the things appreciate it thank you one of the things that were requested is for was for us to um kind of do like a on boarding and what we thought we would do is go through um the district leadership organization and responsibility to um allow you to see who is responsible in what departments and what members of District leadership fall underneath um the executive cabinet so this is I know it's a lot so this is the full organizational chart that includes the entire District leadership team um starting with the board of education on down and I won't read everything

to you um and then you'll see where Mak Payette is also part of the district leadership team there is currently a vacant position under um teaching and learning and it is for a p12 director of tnl for the secondary level as we go through this each individual executive cabinet will come to the podium and speak about their departments and the people that they oversee and the things that they do uh but before we move on does anybody have any questions about this organization organizational chart um I do okay I know that things have changed recently do you foresee any other changes well of of course there there's going to be changes yeah yeah we're going to have ch to reveal your hand yeah yeah I won't reveal anything just yet but yes we are going

to have some changes as you know we should we should be looking at um our district and what we are doing that will have a direct impact on student achievement so the alignment that we currently have right now uh the F the primary focus is on academic achievement where you will have um if you focus at uh tnl and he'll go over this you have someone immediately over the entire department and those focusing directly on academics on his side and then discipline on the student services side so making sure that each building has someone working with them to uh remove barriers to achieve academic greatness any other questions about this chart no I just asked that because I know that we were asking for an order chart had been for a while so it's good

to see it it's awesome um my only question is for the most part on these charts as you so like let's go to Dr J Marino's section since that's the longest one um usually as you go down or as you go up that's who you report to so for example does Lori frame report to Elden Khan or does she only report to Dr Marino because I know it can be a little bit different on these she reports to Elden who report Elden and Maurice report to Dr Marino gotcha okay and as we go through the individuals this is just mine and my oversight that you will see others formate formulated just like this okay Dr Gray thank you good evening board members uh here's the uh Department of teaching and learning as Dr Clark men

mention we're the department that's responsible for academic achievement but also uh training and support let me move on to the next slide I'm sorry uh but we're resp we're responsible for uh training supporting and implementing curriculum to make sure that our students are successful so there's like five bullet points there it does that's just a start of what we do uh in terms of being able to support students being able to support staff uh and principles as well Dr J Marino thank you good evening board um so uh in student services or Support Services um as uh we called out in the first organizational chart um basically it uh student services nursing all of that falls under the responsibility of Support Services um what we're going to do I'm just going to give you a

real quick high level from uh the Departments starting with it um Mr Maurice paint overseas and leads Our IT department Maurice is back in the back there uh most of you know him I'll introduce them as I touch on their departments but basically it is really three primary responsibilities um outside of everything else that is either plugged in or connected which is about everything um but devices are are you know one of that three-leg stool network and infrastructure is the other and then user accounts and support um apart from that if you think about um our phone systems our intercoms all of those pieces um seem to find their way somehow under the responsibility of of it as well so it is certainly one of our um one of our primary supports out for the

district and our departments uh moving over to the right hand side student services you know Mr Elden Khan who's right here um Elden has joined our team and uh really a lot of bullet points there but but really primary things are student and Family Support Services anything that has to do with kids or families often the first call is how can student services help um we also Focus just like tnl is on the teaching and learning side of the house uh student services is on the social emotional and behavioral side side um so we try to provide those supports as necessary to our schools um we also assist in um alternate placement for students when appropriate um and there's a lot of other services sometimes that are behind the scenes such as uh support for

homeless families um truancy um and also all of our Behavior interventionists Uh which each school now has a full-time behavior interventionist are under uh the leadership of students Services as well um we'll touch on the last two departments um school health Mrs Lori frame Lorie's here somewhere at least she was you had to step out um uh Lori really is focusing on uh anything related to student health and uh and in some cases safety as well um they manag is hi Lori I just introduced you um Lori manages all all of our School nurses uh and and health services staff that are out in the buildings uh she has direct oversight supervision and Leadership um for them and also uh vaccinations um there's a lot of other pieces that start to push into student or

health services like the aeds um the heart monitors that we use um Naran anything that that has to do with that health and safety aspect um is also facilitated through um our school health department under Lor's leadership um lastly some of you know that uh when I first came to the district I was the director research data and accountability um shortly after that was um promoted with with uh by Dr Clark into the assistant superintendent role and I was having so much fun in research I'm like I got to keep it um so I I we do not we did not backfill uh director um of research I maintain all of those respons responsibilities and directly work with our research department and basically those bullet points highlight it um Skyward is our primary um workload

uh State reporting um you may have heard about our District's data warehouse initiative which continues to grow and develop um that's all maintained through the research Department um and then all of the uh testing so our fastbridge testing our state testing um research team under uh Terry D leadership uh we support um all of the all of the testing in the district um as it relates to um uh both the social emotional testing through Sabers as well as the academic testing so um that's our research Department can I ask a question um organization charts are always hard to separate sometimes because you have overlapping functions and the one overlapping function that concerns me the most um is is the effort to try to get many students to attend school not just a matter of 100%

treny but the ones who are just you know showing up third or fourth fifth hour in high school just gen you know showing up maybe half the days and we have um both you and Dr Gray have some you know things with that because you have behavior interventionists in the schools and you guys are working with you know students also so how is that working exactly you know we got Behavior interventionists social workers counselors all of whom are involved with trying to get kids to come as much as possible but as far as the organization I'm just confused on how this is working and I'm not saying it's working bad it's just I just would like to know more because to me this is one of the biggest problems of our school district it is

and it's a it's a problem that we've been working the last couple years to address so right now currently in every building there's an attendance team they look at Daily data weekly daa monthly data um they highlight the kids who to um go past the threshold okay which Statewide is 10% when a kid misses more than 10% of their their school year they're considered chronic truin or absent so we're really highlighting those kids that go above that 10% um there's three-day letters five-day letters 10day letters those letters continue to come as the days attendance team that's one thing so it's at the schools it's generally the administration Administration behavior interventionist family leison because they're the one that can get out um you do have family leaon we do we do have family leaon um and

then there's usually you know counselor um other people but but the the core of those teams are Administration interventionist family lasons um and then in addition at the middle school we have um teop officers which are truancy and attendance offers officers they primarily work at step decer because that's a grant funded position um but next year we're actually rewriting the grant this year um you know I've got some conversations to have with Dr Clark and I'm sure that you know maybe had with you to look at where we can put them next year to better serve the whole District uh because since we are rewriting that Grant we have some opportunities to make some changes um in addition the two ladies that work out of my office miss matley and miss Hamill um they are

districtwide so they are the ones that oversee the letters that are automatically generated from Skyward they're out doing home visits in the district um they are contacting families they're attend ending all attendance meetings with each school um every month monthly attendance meetings at every school so there's a lot of things in the work we're trying to curve it we're trying to improve it um we understand that it's it's been a a relatively uh recurring issue not only in our district but several districts our size so we're trying to do a lot of things to to improve that thank you very much that's that's that's wonderful to hear all the staff that we have involved in that now anything else all right thank you thank you I do I want to ask so you said research

I don't know did you if you touched on what you research I may have missed it so I don't know if you can I don't know just sure bundle that up what is what is research from us so research is the place that our buildings go when they're looking for information that may not be readily available to them and so we'll get inquiries or questions saying hey can your team take a look at can you pull for us that shows us uh the number of students at this grade level who may have X number of absences along with X number of behavior referrals and so we'll do that kind of research on the back end and help produce something for them that's very usable for their team so that would be like one example and

those those examples um uh can play out from there depending on um who's making the request um if our superintendent is looking for data she knows she even emails and says I'm looking for this this this and I turn it over over to our research team and say um Can Can someone do the analysis research and provide that data um to the requesters that they have it what we're trying to do now is make it more selfservice through our data warehouse initiative so that users can log in um to their own accounts and access the data that's available to them and and they're asking less and less for research to do the work because they're becoming more proficient in utilizing data warehouse to find the information that they need and then we meet monthly with

our uh principles during their meeting and and say what are you missing what are you looking for and as we get more and more into Data Warehouse so we don't have to keep running these reports but rather show our team where they can go to get that data and our newest feature this year is we've rolled out teacher dashboards so now teachers have access to their own classroom data in ways that they've not been able to see that before so at some point in time before year end uh we can do some kind of a short demonstration so the board can see the capability and power of our of our data warehouse thank you a good evening I'm accompanied by R Quon I got it I got it right yes names are important but she

is a role model and she represents what you see those um building level Dei teams and we also have a couple of members from the teams if you could stand up uh Mr Wiggins Mr Ray they have great Multicultural clubs so not to go through all of the bullet points but um these are my responsibilities and the one that I always point out the most is serves as an advocate kid for all things all matters diversity equity and inclusion which covers and touches all of the Departments within the district but I have um red up here with me because I met her last year when I was going around talking to the students and she respectfully checked me and told me that my data was incorrect but she used her voice and that's what we

want the students to do is to use their voice and ultimately what we're doing with the building level teams which incorporates teachers students and some have parents on them is to include all stakeholders in what we're talking about with district and school Improvement so she serves as a role model for them and MacArthur has a outstanding Multicultural Club so and we're expanding that at the other schools so basically you know that's what we want we are educating the students but they have a vested interest in this so to get their voice is representative of all of the work here so I just wanted her to accompany me here and um we're doing great work and talking to them and at their meetings last week one thing that I heard is hey how do you all

feel about the Dei or Multicultural club and they're saying it's great it's something that we haven't done before within this district and that's something that we should be saying about all of our departments so diversity equity and inclusion thank you thank you thank you Dr Cur Dr Clark Melissa Board of Education thanks for the opportunity to talk about the operations Department um so it's a if you want to take a look at the chart um on my right looking at the document that is all led by DLT team members um and we'll get to that the left side as I look at it is the business office for the most part and that's the third floor of the Kyle and payroll downstairs so we'll just start with just a little geography there um districtwide the

operations Department department is responsible for supporting these departments business operations Safety and Security grants and special projects Human Resources Transportation buildings and grounds Food Services and Elementary Athletics um the goals for the the department are down there at the bottom for you to read at your your leisure so the Department's inside of operations the business operations department handles everything you see there on the left side of the screen uh we have a team of 13 people that take over all that work it includes three coordinators nine uh support staff and myself and Dr schoz um uh and I'd be remiss to not mention my administrative assistant Jennifer summmer because without her the whole thing would be a mess um transportation is currently Mrs Kimmy Taylor uh she we have an opening in her departments but

uh Kimmy is doing a fantastic job the most important things that she does is she's liaison for us with Transportation contractor which is alltown and she Lea on with the building uh her uh direct report which is an open position right now also schedules things with the buildings and the and the coaches Etc um the other uh coordinators to mention Kamisha Bryson handles our payroll Joanie Watson is purchasing and receiving and cheyen Patterson is our director of accounting so food service now we also use the third party vendor in airmark but the fact that they're in the building and they're always accessible they literally feel like they're part of our district I mean they're they're an ample um teammate they get things done when we need it uh Amy Wagner is here behind me Amy

could you stand up so the things that that stick out with that in that long list I wanted to she manages all of our national school lunch programs and our CF cacfp programs she makes sure that our kitchens are compliant with all our local Health Department guidelines and she makes sure that we have a full staff and we have been we are either at full now or it's close to full as we've been in a long time with with some improvements we made over the uh uh summer also she will be providing a food service update next month from aark to the board just so you know uh on the right uh one of our newest additions uh Department wise is Safety and Security led by Val tally and you guys all know Val um

and Val's doing a great job for us he's here I won't make him stand up but um I'm going to read these he does to stand B please stand your medal uh doing great things as you've seen with the the the things that he and his his team are doing but he managed the implementation of all safety protocols which is important to take that burden off of an assistant superintendent uh at one point in time Dr Clark for a while when she first started so uh he supports a growing team of security and we have grown that number immensely just in the last year he Liaisons with sro's we've also grown our number of crossing guards and as simple as that sounds it's a really important position and Val has taken that and tried to

tried to increase the number of people that we have uh serving in that role that's very important before and after school and he creates the safety plans for the buildings and events and his safety plans are detailed detailed uh on the left is Mr Meer needs no intruction you can read all that stuff but the two most important things is he supports the plan and the implementation of our construction renovation projects uh his experience uh that he brings here is is immense and then he also Liaisons with the Architects and other out side contractors and all the other things he comes up here and talks to you about and he's he's over here over my left shoulder as well I told him I wouldn't make him stand up stand up oh you gotta stand up

there he uh nobody is deian Hillman's boss but um when deian ever retires Human Resources will definitely come underneath my umbrella even more so than it currently does but Dean's been here for some time but she leads an office uh with one coordin Ator CV Jared who does a great job in six employees they do everything from recruiting to retention to all of the complaints all of the uh employee issues and managing all of our employee data so HR um led by deian Helman she doesn't want to she she she refused uh also Under My Umbrella is Elementary Athletics uh Mr Craig Bundy uh I told him he didn't have to be here tonight but he schedules and supervises all element Sports he Liaisons with the disc for all elementary Sports and he supports all

District athletic directors as necessary and we are we are finding that he's being pulled not only away from his Elementary stuff but he's he's he is providing support to the 712 ads as well but his job and his main scope is the elementary Athletics for now and then um Dr schoz the Assistant Director of Finance and grants she's home with the sick little one um but without her um the work that I do in my office would be very difficult she's a she's a perfect number two uh in my eyes she's the assistant director of the office she creates and amends all the federal grants and she's had to deal with over $71 million we were in the top 10 of districts I believe in the amount of eser money that we have to deal

with right and that's that's a burden to have but it's also a burden that takes a lot of time and effort and so Dr SLO handles all that working with tnl she collaborates with tnl on all Grant related matters supports the district and directs the work of school building leadership and I've added to her plate the insurance committee and the wellness committee and that's that's my department thank you you're welcome any questions perfect thank you good evening everyone Ashley greyed um executive director of strategic planning and Innovative programs um I also have Miss Leslie risby um she's our wonderful Innovative program supervisor she isn't here tonight we actually just finished up about 30 minutes ago with the parent webinar for Prep Academy so she finally got to go home for the evening and then Miss

Sherry Johnson she oversees our wonderful extended day program we are currently in year three of that program um it's our before and after school program that oversees um about 700 of our DPS students before and after school during the school year we we serve currently at 13 sites and approximately we have about 130 day extended day staff um that's from teachers to parently aison to Tas to security high school students um college students and community members all right a lot of what I do there's a whole lot of bullets but to sum it all up um we really work hard in Innovative programs to create meaningful opportunities for our students um that includes during the school day outside of the school day really focus f using on driving career Readiness and different career Pathways for

our students um that really um align with our students passions their goals their missions and creating those um meaningful opportunities that allows them to connect um I also support our wonderful superintendent with our district strategic plan um and that is innovative programs and strategic planning and some of our programs um outside of Prep Academy we'll be welcoming in cohort 4 um we currently have red who is thriving in cohort one she's one of our Juniors out at Richland half a day also just got inducted into the um National Honor Society out at Richland so um we have we'll be bringing in cohort one our freshman group um cohort 4 in the fall so we're very excited we offer teacher pre building construction trades we are in our 10th year of our inspired future senior internship

program you name it I get it if not Dr Clark tells me what to go get for our students and we make it happen thank you thank you m worth out yes last but not least uh Communications and Community engagement so we are a small But Mighty team of three uh myself as Chief Communications officer Mrs Maria Robertson is director of community engagement and the third piece of our team is Mr Steve Nichols our videographer digital multimedia good news guy he tells all of the good stories about the district and that is the goal of communications is to tell the story of the district I serve as a district spokesperson but more so we want to make sure that our community knows about the amazing things happening every day in our schools so we work

to craft and execute strategic communication plans that focus on telling that story um my office also creates schedules sends consistent messaging to stakeholders that includes internal and external so internal would be family students staff external would be business partners community members and our general Community um part of my role is researching sending press releases media advisories articles making sure that the media are also connecting with our schools to help share that good news and message about what's happening um another part of my role is managing the district's 16 websites so we have a main District page but we also have websites for every single school so it is all of the content that is on those schools pages and the District page that uh Maria and I solely execute um we also manage all of

the district's social media content so that is social media accounts for every school and the District page so the other part of our department is community engagement this is primarily Maria's role um she is a community liaison to work with students parents stakeholders and um set up meetings make sure that uh they're getting the consistent messaging Maria also manages the community summer program events execution like our retirement banquet back to school kickoff construction projects groundbreakings preference conferences Etc um and help support the athletic Hall of Fame and is a liaison for our student ambassador and Junior board member program um she is also a member of the threat assessment team and the wellness team so that that is a very small snippet of what Communications and Community engagement does and that's it questions from the

board Mr Curry's got an awful lot of responsibility he has a great team though I know he that's a lot of people y is there anything that the board would like to see um so my goal now since you are wanting this is to do this every year at the beginning of the year but it was is it something that you wanted to see that you did not see in this presentation I just think this is the kind of thing that's really good for when new board members started you know the school district um i' I'd like to see what the overview and metrics to success are for the district like the bigger goal that we are working towards and I understand a lot of that lies with the Strategic plan but to understand and

then the other side is the learning curve you know the learning curve of not being of being community members F uh first and foremost instead of Educators so uh getting a cheat sheet or an overview of this is how we're measuring success in our districts but this is also what these acronyms mean and you know and I actually have that and forgot to put it in your books so I apologize for that now I know the foundation is not part of the district is absolutely not it's a separate entity would it be worthwhile to put a note about that in here you so what I can have um Mr Shields to do is kind of come to the board to talk about some of those things because they are separate from us and they're not

even under the same guidelines that we are exactly I can do that for you yeah I mean I think that's one question I had when you know during campaigning is like what is the foundation you know allow is that will that be put on the website the the the chart the flow chart we could I'm asking because I mean it was very helpful um and I know those listening I'm sure that's answer some questions because you I get a lot of questions just out about you know who do I talk to about this who do I go to about this separ thing yesing on that okay but yeah I think just having that having a name with a a person in a department that does that is you know for visual Learners that's very helpful

so yeah if you're working on that that's even better absolutely and I think having this and Publishing something like that can help um give people context when looking at the central office and you know you get that idea that oh the district's topheavy well I mean if you look at what they do like I mean these are essential functions you know so I mean are we top heav I don't know like U what can we do without in this book so okay anything else okay thank you okay thank you thanks for that report it's good information um next report's from Kent would you come and give us an update on Steven decor good evening board thank you for the opportunity um so on um Monday um Martin Luther King day uh we experienced some bitterly

cold temperatures and we found out the in our armor and that was a pipe that was located in one of the classrooms on the very western side of Steven deor middle school and uh we did not discover that we had a chinker armor until the next morning when everyone showed up to go to work so looking back at the videotape um started to show up in the security cameras at about 3:00 in the afternoon on Monday we had a basically about a one to one and A4 inch tear and a 3/4 inch water line that ran undetected and uh full force until 5:45 on Tuesday morning when people showed up to go to work and so we had 37 classrooms and corridors that had up to 2 Ines of water in them good uh fortunately

you know we have the guys on staff they immediately went to work finding where the leak was coming from had took a little few minutes shut the water down to the building and then started the massive cleanup um so I think we had probably with between custodians maintenance folks and whatnot we probably had uh 25 to 35 people working on it off and on and and um we hit it in force even with difficulties with the weather we were trying to push water out the door and when it was that cold we were develop in a ice jam on the outside of the building so even the grounds guys got in spreading salt and and running the snowplow up and down the sidewalk to get that ice away from the door um but I I

can't say enough about how how the guys came together brought together all the um materials and equipment that we needed um right we I'm sorry the extra electrical yeah so uh of course we were we were having electrical problems because things were getting wet we shouldn't um we didn't have all the resources that we needed so we reached out to a local vendor we rented dehumidification and air fans and so forth which precipitated the need for more electrical because that building wasn't set up to handle that much electrical so the maintenance guys um went into action created some temporary electrical panels set those around and and then hooked into those and and off we kept going so throughout the process uh we had air samples taken for Indo aair quality particularly you know Airborne mold

um those all have come back satisfactory um we kept checking uh surface moistures and so forth and with a meter and with an infrared camera and things were drying out nicely and so after um toward the end of Friday uh well first off the kids weren't no one came went to school Tuesday was um bad weather day Wednesday Thursday no one went to school middle school Friday then kids came back in the building with the exception of that area that gave us the opportunity to go ahead and continue to to clean up disassemble everything we'd set up moved out the door and over the weekend all the classrooms were put that together and Monday we came back to to school again so yeah and if you go out there you can't tell anything happen our

the guys are great that's all I have to say right I mean again you know they it's just kind of like what happened at Garfield was setting up the things the guys just put their heads down got the work done and uh like like Dr Clark says you can't tell anything happen there's no odor there's no visible water damage anything that was damaged either got disposed of clean put back whatever so all in all you know very bad situation turned out fortunately to not to be terrible we working on insurance clean claim um paperwork today we're going to pass that by our carrier and see you know if we can get some kind of reimbursement back from that so anything else thank you any questions yeah um I don't know about it that amount of

water that's a lot of water um is I know there are devices that you can get like ex excess flow monitors they alert you if you've got you know like a massive leak like that or we what do you think of that often times the city is kind enough to point out when we have a massive leak um I think I haven't checked with the city I think probably part of the feeling is that this was a day that we would have normally been in okay in attendance so even though it's probably more water we normally use on a given day it wasn't to that point where it was such so extreme that they said hey you know Matthew middle I'm sorry that's old step deor Middle School using you know too much water how

long you been here been here over two years you know he a randing 2023 like um but I think that might be why that the city didn't flag it okay yeah I was just thinking of ways to prevent I I'm guessing around 16 17 hours of water flow yeah it was it was two or three gallons came out I think over the two or three gallons yeah yeah so yeah that's the only reason I can think because the city has been good about flagging these Leakes before so uh I think that's just an anomaly that happened Goa okay thanks K thank you all right thank you I think I can speak for the entire board and tomorrow if you can go back and let everybody know how much we appreciate their efforts can't that be

great absolutely Dr Clark uh so I'm going to have uh Dr Curry come up to the podium but basically um we were talking with some of our students and some staff and we were trying to figure out ways that we can start serving snacks on the half day uh for students uh some of the issues that we were seeing um I believe was reimbursement was one of them but also trying to make sure that our buses uh stay clean and for safety purposes because kids will be kids so we don't want food on the buses um but we want to make sure that they're able to get served too prior to going home on half day so we worked with AAR and Amy correct me if you know this is inaccurate but we work with

aark to provide snacks for those students at um K8 uh who will receive those sometime between the LA in in the last hour of the day on the half day uh it'll be each building has its own opportunity but most likely it's going to be served in the classroom uh but it's there's no reimbursement for it there um so but it's going to come out to about a dollar a student um that we're paying out of our own funds in order to provide a meal not really a meal but a snack for the for the rest of the day for those students and it'll start tomorrow yeah and we just thought it was you know again no reimbursement but sometimes it was it's just the right thing to do for the kids no I agree

I think it's a great thing okay thank you well M we know what kind of snacks got a suggest or like a an idea of what kind of things will be served Amy we we talked about some sort of granola bar or something similar to start with an a juice but go ahead hi so yeah tomorrow we're going to have the Nature Valley oat and honey bars and a juice is what they'll be having tomorrow I went around this morning and talked to all the principes and got the kitchen staff all set up so everything's all set up and ready to go perfect we're excited okay thank you thank you thanks so that will end our report from um Administration thank you okay move on to our consent agenda does anyone want any items pulled
