Good evening. This meeting is a meeting of the board of education and public for the purpose of conducting a school district's business and it's not to be considered a public committee meeting meeting. The agenda reserves two periods for public participation and those wishing to receive personal response from the board or the superintendent should complete a public comment form available at the meeting entrance and on our website. Upon request to the superintendent, the district shall make reasonable accommodation for a person with disabilities to be able to participate in this meeting. Um, okay. Can you just call the roll? >> Mr. >> here. >> Mr. >> Here, >> thank you very much. Um, my place one second. Uh we have meeting minutes from the February 23rd meeting that the board of education approve the attached meeting minutes

for February 236 as presented. We have a motion and a second. Any discussion? All those in favor of approving the minutes, please say I. >> I. Any opposed? >> Uh board policy provides the superintendent of school shall prepare an agenda for all board meetings as directed by the president of the board of education. Do I have a motion? >> I'll move that the board of education approve the agenda as presented or second. >> Yeah. >> Okay. Uh we have a motion, a second. Any all those in favor of approving the agenda as presented, please say I. >> I. Any opposed? Okay, we are starting off tonight with uh a presentation by our student representatives. Uh we have Claire Bento and Lloyd Brand who will share information about their outreach to inform DHS students about the

board of ed student representatives roles, solicit student input and encourage student engagement. Thank you guys for grab. Yeah, anywhere you want. It's going >> I clicked the board social here. It's a bit There we go. We apologize. But >> I'm glad to see that other people. >> Yeah. Okay. So, basically over the past month, >> basically over the past few months, Claire and I have been working together on figuring out a way how to get the students more involved in our process of our student updates and just more informed on the board in general. Um, some students called me down to a classroom one day randomly. It was like, "Hey, we're working on this project for our English class. you're a board rep, right? And I'm like, "Yeah, I am." And they didn't know there

were two. They only knew I was one because they asked the teacher, the class that who did know me. Um, and they had no idea what we did. And I was kind of alarmed by that because I kind of thought it was like people had a general consensus of what we did. Apparently not. Uh, at least some people. And I want to make sure uh anybody can and wants to be involved in the board or just local government in general can be. So phase one of this is we created a Google form was originally going to be shown last Friday during our advisory period. Claire and I were both in Lancing. It was not shown. I don't know what happened. We had advisory again this week. We're running it back. It's going to be okay.

But originally, this was going to be in the slideshow and we're going to put that information, the text that you see on board in an announcement through Canvas that every student at XR School will be able to access at all times. Um, yeah. >> Good. >> So, we're basically just hoping that since every student has advisory, it's the best place for access and hopefully people can they they're already on their phones probably and the QR code is pretty easy to scan. And so we're hoping that it's a good place to get outreach to students. But this is a look at the actual itself. Um we wanted to obviously give students a background of what the board of education is, what our role is in it because uh like was saying a lot of students don't

really know um and don't really know how to approach it if they do have comments that they want to bring to the board. So this is just kind of what we put at the start to let kids kind of understand like what are they getting into if they submit this form and like get to know more just about the board about how their schools run. Another thing we were working on with our advisory period idea, we've been talking and been meetings, but Miss Holland, Miss Furby of ideas of like a little video update, not necessarily as like a, hey, you guys can reach out to the board, but I guarantee you if you ask kids at Dexter High School, probably half of them wouldn't know we're building a fieldhouse over there. And that is going

to be such an amazing building that the kids who do know about it are super excited about. And of course we have it up on the wall at the entrance there. But kids don't we it's just a fact. Um and if we can have Claire and I up there updating everything the board's doing just as a this is what's happening. You want to talk about it? Here's that form and come to a meeting. And I think all of us would be happy if the students actually know what's going on. And that's nobody's fault that they don't. It's just we don't have a system in place right now. And our goal here is get that ball. We don't have a lot. >> Yeah. So the rest is just kind of look at what we're asking say.

We want their emails obviously because we want to keep track of we don't want to have a ton of big responses. We want to keep like people who have something to say or just like for example the second question it's just kind of what's going on. Um, it's really just a way to make sure that we're involved in all the students and that it's not just what we are aware of because we're obviously going to miss some things and every student matters in. And then at the very bottom, um, we just want to know what concerns they might want to bring to the board. And obviously the whole point of doing it through a Google form and like having us then be able to look at it. We want to be able to relay the

information from the students effectively to you guys, what's important, what might have already been addressed, but they just don't know it's been addressed. and at the same time relay the information that we get from you guys to the students effectively and making sure it's filtered the right way and it's um portrayed the right way so that students and you guys get the most reliable succinct at times information you can so there's no miscommunication >> another bonus of the email if cla and I confused about something or like we need to give them clarification the board doesn't really cover this this is more of an in problem or something like that we can easily reach out we're happy to do so but just communicate further. And this just like a little test. We have it to

a Google sheet. If any of you guys would like to be on the Google sheet and see the responses, I kind of but um you are just shoot me an email or something. I can add you on to that. Um but basically around Thursday, Friday, the weekend coming into the board meeting, Claire and I will just spend some time sifting through the thing. think there's any good responses, we'll put them together, maybe a Google doc, print that out, bring that to your Monday. Hopefully have a hopefully not too much longer student, but something like that. That's all we have, right? There you go. That's all we have. >> Uh 9 10 11 high school. And hopefully if we get two advisory periods, it goes well. high school. We'd like to try and get it to

creek too. Um creek side would be a little difficult just because I don't know how they access the QR code. I don't know how their cell phones are still learning how to use technology. So we'll see. But >> yeah, but our goal is just to share the communication and make sure >> everybody knows. >> Yeah. Thank you. lucky with your >> Thank you very much for your work on that. We're excited to see see how it works and see what you have you guys have um about the process too. >> I think did you see the email on Friday? Did I person like 11:30 at night? I got an email still waiting on the building for Mr. in slidesh. >> All right. Well, the buds will get worked out. All right. Next up tonight, we

have um a chance to talk about our district website and get the board a little update on things. >> Many of you know that word many hats for the organization. She does all them so well. uh one of her extreme talents is communication and particularly through our website. So hope also serves as our web master and does a really great job of keeping you fresh, keeping it up to date and making sure that families and the community have access to really important information. Uh there are two new features on the website that wants to walk you through. We just think that these are going to be terrific to help make sure that folks have access to the information that they're looking for to walk you through. All right. So, um I'm just going to start

off on the homepage. We added this new video that I think you've all seen. This is the first thing people see when you come. Um in the process of passing the millillage, we became aware of some information gaps for community members and even staff and students and myself, things we just didn't know or couldn't articulate. So, um, the two things I'm going to show you tonight came out of that process. The first one is, um, something we've been toying with, but it kind of came into focus here, which is, um, the financial transparency page required by the state of Michigan is very dense. It's not user friendly. It's it's what's required, but it's if you want to refer somebody to that, they're not going to get much understanding. So, we have made a board financial

transparency page. Um, and should hear the law and order when you I'm just going to read the first paragraph. Uh section 182 of public act 94 1979 the state school aid act requires each school district and intermediate school district in Michigan post certain information on its website within 30 days after a board adopts its annual operating budget or any subsequent revision to that budget. This information lives on the board transparency page of our website which lists the requirements and required information. These reports represent the minimum of information that districts must share. Dexter Community Schools has for many years published considerably more budget information provide context and insight into how school into how school funding works. We've compiled these resources here. So each of these tabs is a particular topic. First, we want to explain that

your budget planning is a thoughtful process that goes on all year and the meetings are contributing to that with various discussions. Um, we define foundation allowance, categorical grants, some terms that they might not understand. Uh, we include the monthly budget report in the packet, but people don't see them. Um, when they talk about wanting to see the check register, that doesn't really provide context. Um, but these reports show spending by account for each month and then they accumulate over the course of the year. So I pull those out. Now I'll have these also on this page. Make it easy for people to find them. I also think the financial narratives are useful. When we have um bond spending that we can report, there will be reports that come to the board. You can also place

these here. uh we have information of the 2017 bond and then uh co spending because these topics will come up from time to time. So this page is under the board of education website the links up at the top refer people to it. So the other page that we've done a lot of updates on is after the bond passed we moved the uh background information not not at the front of site, but if you go this it'll it'll show up when I'm looking through here. Anyway, this this page, this uh slideshow is a um evolving we can update it in real time, but it's a tour of the information that we can share about the board at this time. So, this sort of summarizes the whole thing. Right now, we're talking about series one. So,

this is a clickable link that'll take you to the next slide. Um actually it'll take you directly to series one overview but we have a couple of explanatory slides here for people who would like to know more about the process. So this is all the steps that happen for something to be approved and built and enjoyed. And not everyone will care about this but the people who do will really appreciate being that. So, um, as we have more information, these more of these links will be clickable, but um, here's an example of what you can expect for a page. We can include the reasons for that project and goals. Um, this slide is just a template. We have a status indicator. Um, and then you'll see some of those in action. Please, I just put

in sequentially. Why are we even like older? Uh, so some of the slides are going to have more some of the topics are going to have more than one. Go back to home. Twin fields is a little boring right now. So I don't have much, but let's go to Albert. We're saying why we're showing you what it looks like. Then we're these pages will also answer the question or middle parking here. So that here's the mockup of what the entrance we go to. You can see we're still planning. This is a site plan for people that like to get down to that level of detail. This is what the impact is going to be. Um you can't see it from here, but there's little details saying uh when this will be done, when this will

be done, why this is closed off. And this is a fun one because we can actually show the layout. we can show why the layout was made the way it was. So, you can expect that when we have information that's firm enough that this is what we're doing, we'll put that up. Um, if you get questions for people about information we might add, feel free to let me know. The other thing about the bottom website is there's a dedicated place for um people to ask farm specific questions. And the last thing people ask you because I get a lot of calls from people saying, "How can I get in on this work? How can I sell this stuff?" There's a link right here um on the bids and RFP page. There's this the top of

it. This is something that Granger made. So that's there, but also then there's the open bids and RFP. So that's where the information. Great. >> I think that's really gonna answer a lot of questions. Thank you for your work on that. And that one is under the district uh heading right up to the top. Okay. >> Perfect. Thank you. >> All right. It is time for our first opportunity for public participation. Um is there anyone who would like to speak to the board tonight? >> Maybe this because I need an answer tonight. whatever. >> Thank you so much. >> I guess uh what I am going to ask is I don't know if it's uh can be done. I don't know Robert's rules in this study, but I would ask that the board table the

motion of the memorandum that's in the packet this uh tonight. Uh memorandum is re law. What specifically is that? Why are we going Why are we engaging with another law firm? Currently have one. Why are we looking at another? Why do we need two? That's you know it's more money. I don't know what's up. Something must be up because last sentence says all says the district needs this. What do we need it for? currently have one and I think personally they've done a pretty good job in the past. They write excellent uh policies because the policy that referenced in this letter 256 I think you should put the whole policy in there because what you did is you only picked out section D of the policy. He didn't publish the whole policy because I guess

uh way I look at it, you read the ABC, ABC, C, and D of the policy. I don't know if they can be done tonight because it says you can only do that during organizational meetings, the first meeting, which is the first meeting of the fiscal year. But then the very last sentence is like a good contract is written. It gets you out of it and it lets you do it tonight because the very last sentence says you can do it anytime you want. So trun is very good in writing these type of policies which is contract language contract language but I just want to know and then are we going to pay for this on permium or an hourly basis and what is their hourly rate compared to truns you know is it going

to be more are we spending more for this service or is it going to be less are we phasing true that's the case that could be fine. But I mean just to write a memorandum like that un it's even unsigned which I feel [ __ ] is garbage. Any document that you get should sign it. You can't put your name to it. Then you don't stand behind it. I don't even know who brought this up. You know where did it come from? No board member signed it. Superintendent signed. Nobody signed it. So you know where did it come from? Who's responsible for this? Why? Let's, you know, let's get some answers. I would ask that you I don't know if it can be done. You can postpone it. Get some answers because, you know, I have people

in the public that I mean want to know what's going on. I said, I don't know. You look at it. I can only tell you what's there. So, that's uh simple request. Give it a see what happens. Thanks. >> Thank you. Thank you for your comment. Okay. Uh we will move on to administrative and board updates and we would like to welcome superintendent Brian Leer this even you uh director high school scheduling is going very well. Miss Herby and the council team got back from power school university and they're really proud to report that 93% of schedules are already completed for next year. So we are well ahead of track. uh we are going to meet our past history. I promise you that uh we're at the point of the process where hard conversations we

really look at sections section numbers and try to think about what are sections that we have to run and what are sections that we would like to run and we're really trying to make sure that we're balancing student desires with operational efficiencies for the district. So this team have been doing a terrific job. Uh I know that we have a whole bunch of folks across the district who have been supporting that work and we're hearing a schedule for next year. They're constantly free. Dexter High School principal search. We are uh making plans to begin the inquiry process next week and then we'll be bringing back finalists for the next round of candidates the following week. Uh Miss Herby and Miss Hollow will be working to organize a group of students, a group of staff, family

members, and then we also have administrative team. So that's been our best practice with administrative hires. uh they go through the moment with that second round about half an hour with each group and then we will work to do a final round interview as well. Force being an administrative hire a recommendation will come to the board hopefully shortly our effort that will get inspired time to make sure we go through and do reference checks to call the finest. This past weekend we had our really our first robotic competition for the high school team and they did very well. I went to the event with my kids. They loved it. As many of you know, robots every year they get a different contest, a different game. And this year's game was to collect balls that were

scattered across the field and to project them into a large basketball hook type structure. And new to me, it was very fun to watch. I know Mike could share a little more revise. They're working collaboratively with other schools. So, you're working with other schools and you're on the same team. Dexter did very well in the first round. It sounds like he had a tough draw for the finals. their alliances that are formed during these competitions. Dexter found themselves on the opposite side of the alliance. So they they kind of understood the second place would be the best that they could get. They did were able to achieve second great showing. They also overcame some setbacks. The first round that we watched, the robot actually fell apart. It had some quite the air. They they did,

but they were able to, you know, in between matches, I think they're able to stay prepared and the team was able to come together and just a really fun event. Really positive environment. A little warm in the Chelsea gym this weekend, but otherwise it was a great event. Last week had the chance to meet with city manager, talk a little bit about our traffic study. As previously mentioned, the district has already facilitated a traffic study to look at our internal traffic patterns. So earlier this fall we had consultants from Ohio up and they were using drones to get footage across the whole campus as well as our internal traffic flow. Uh we will partner with and share the information city as they do a traffic study of Dan boy road so we can use the

internal external traffic to really figure out the solution for the deck and for Danco. You know that is a little bit pain point a conversation point across the community. We are committed to working collaboratively with the city to work towards a resolution. Uh the city and last reported and as Mr. Boris who joined us few weeks ago shared they have secured a grant. Those funds are not accessible to the city until July 1st. So uh Mayor Tio authorized a an informal traffic count uh which will inform a larger traffic study which will go out through the RFP process and that will happen after July 1 which will be perfect timing for us. It'll give us time to really put our heads together and be part of our solution. And I think I'll leave the other

items for advanced >> from the city. >> Uh yes, they have the traffic counts. So they had uh cameras installed all last week to count how many turns. So they have the initial data the study that they will bring in to use all that data and provide a recommend or is that limited to the road? >> Yeah, both. Good question. So both we are committed to looking at our internal traffic patterns to say if there's something we can be doing differently inside our campus. We're more than happy to have a conversation. We recognize that changes we make won't be relevant unless the city also considers changes for Dan Boy Road and vice versa. They can't make a change at Dan Boy Road if we don't change our internal. So, we really do recognize this needs

to be a collaborative process and we reached out. We're committed to positive relationship and partnership to make this happen. >> Thank you very much. Um just a reminder to everyone that the um WASB uh professional development event is on Thursday night and if you are intending to come um there is an RSVP because there's a dinner food option networking session starting at 6:30 and the um C begins at 7. And I will turn it over to our student reps. There's it's been busy weeks and club happens to high school especially um tomorrow and Wednesday uh French and Spanish have their IO's I should probably saying this in French to um but hopefully those go well again I was busy we're getting into testing season a bit stressful but seniors were almost graduated so um on

that not also senior auction will be on St. Patty's Day. We're trying to add more of a theme this year. Uh we're going to have paddles this year kind of um hopefully promote people to put out a bid and support um Sprout Love, which is a cancer support community. All the money we raised goes to Sprout Love and along with 5K we'll be having later this year, but again, we're just hoping to help raise some money for them in a fun way. Uh, spring. >> Yeah, just seniors. >> Um, spring sports start today. So that's lacrosse, swim women's soccer, softball, baseball, water polo, golf, track, tennis, lots of sports. It was great getting out. It's a nice day to start. Weather might go downhill. Um, but for test, we've started triyous and it's nice to

finally get back outside. Um, last week it was inclusivity week and they celebrated the spirit day every single day for the week and then ended it off with wheelchair basketball on Friday. Very fun to watch. Very fun to watch the basketball team and the teachers just not do so well. >> Um, but that was very fun to watch. And then on Saturday it was winter formal. Um, so it was a great week, great way to end the week and it was a lot of fun to students. Um, as well, um, I want to touch on, I'm not exactly sure if it's more school basis thing or border based thing, but a lot of different seniors have and juniors too have been wondering about it is on chorus for graduation. It's been a big topic because

the kind of restructuring how they might what clubs get core iss what clubs don't get cors um but a lot of seniors are concerned that clubs that they've been in for four years thinking they might get a club but they they both work in that they may not get that recognition anymore. Um, but it's just important for a lot of kids that they may not do athletics, they may not do drama, they may not be in the paper, but doing this club that they care so much about, they know that there will be some recognition at the end of high school when they walk across the stage and they have their court and they see their fellow club mates with the court as well. Um, so I just wanted to bring it up because very

important issue for some for a lot of seniors. Um, and I think it's important that this decision looks at the feelings of students and the effort that they put into all these different activities. Um, and then as well, Gig was two ago. Um, and I personally was able to serve on the governor's cabinet as secretary of education. Uh, I had so much fun. I was able to actually use some of the things I learned here to help out with that. I got to read a ton of education bills. um people that care about bettering education for for students, for adults. Um but it was so amazing and I'm very grateful for everything I've learned here because I had so much fun. >> Just one more. >> What? Um but yeah, there was a lot of

success at YG and because of that I vol >> Yeah, I got a lot of things but we'll start with Michigan youth government. Uh few months ago I said I was running for youth governor and I won. It was awesome. Um big big election there that I only talking about because it does play a big role in the district as in everybody's going to know Dexter. Every kid who goes to I think we have 800 850 kids in total in Lancing three weekends ago. Next year there's probably going to be more. They're going to know Dexter and I hope I have your trust to represent the district. But it's going to be great. Um also Devin Sheller um a freshman. He ran on oppose but he won and he won beautifully. He is now the

blue legislation area. It's right like there's three pledge programs and he will serve as the lieutenant governor next year. So him and I and Dexter will be presiding officer team in charge of the whole thing. Pretty cool. But yeah, over the weekend we had a friend's tournament uh with student placed third in her category. Um and then got the rest of winter formal. It was in the same building. It was great. And this coming weekend on Saturday we will have another tournament in Novi Gearing upper states getting ready. Um on this past Friday we had our MSBOA music festival at the high school. Um, every single band in the district got a division one rating, which is superior, the best one you can get. Uh, estimate of how amazing our music programs are. And speaking

of, this weekend, Saturday, we will have our rehearsal for Sunday's band extravaganza, our annual band extravaganza. We'll have our bake sale. I believe tickets are $5 pre-sale, which I think is cheaper than if you get it at the door until Saturday. So, if you want to go, get them online. uh and career fair on Monday. I was not personally in attendance, but I heard it was great. And I'm kind of sad because I visit my FBI bomb technician. You were there. Very good. >> Yeah. >> I heard a lot. >> Yes. Dad was teacher. >> That's awesome. Well, I've really only heard good things. I mean, I feel like every year we're trying to expect like all the kids to complain about things, but I was like, "No, that was actually really interesting." And I

think that's always a big win. That I think is all I have. >> Great. >> Thank you for the very complete update. We got a real a real good look at all the different areas. >> All right, we are going to move on to consent items. Does anyone have a motion? >> I'll move board of education approves consent items in bulk. I'll second that. >> We have a motion and a second. Any discussion? >> Um, >> do we have >> Um, so we have a request for extended leave and a retirement this evening. Does anyone else have any questions? >> Uh, we have a motion and a second. All those in favor of approving our consent items, please say I. >> I. >> Any opposed? All right, moving on to action items. Um, our first

topic is engaging Miller Johnson. The district typically indicates the law firms engaged to represent the district at its July organizational meeting. Occasionally, a need arises for additional representation. Can I get a motion and then we can discuss from the board of education approve the engagement also? We have a motion and a second discussion. >> Uh so the district does engage with different laws for different for this point. We have engagements with each one of them has their area of expertise. reach out to them when topic falls for example as identified has reach out our policy special legislation law guidancefield has been our attorneys for all of our B so uh we are reaching out to see to add Miller Johnson to our repertoire to our catalog here because we have an OS uh dispute of

presentation so office of retirement service in the state of Michigan they are the people to go to another reason why we carry multiple offers because at times we have a confidence for inance one of the uh the conversation for having regarding water and sewer both entities are represented by the same firm so there's a comp so we have to switch to a different just another reason why we carry multiple law agencies as a district that have variety of options what are we approving So initially we would just be engaging with them. Okay. Okay. Possible >> actually retainer engaging them but there's no money right now because they're going to once they're engaged then talk terms. So number specific action correct okay >> question I can understand are we allowing Ryan to increase the legal >>

we're not talking >> I understand Yeah, that's not what we would do with the structure, right? We're just engaging to have that conversation or the spec specific issue of the office retirement services dispute which we know is okay. Is that is that fair? >> Yeah. Yeah. engagement versus two different things and so I think that's should >> any other question >> just just to close that idea I think what the concept is the concern is that we're not we're not hiring a bunch of attorneys have to be spending you know double or triple the amount we have typally do we're going to keep it all within within whatever budgeted and how we slice and dice that number is just depending on expert and complicates what I'm hearing. Okay. Thank you. >> I would say the

discussion is super helpful and I know we got some context but I would agree that it would be good to have some additional detail >> in the memory. Correct. context. >> The more context questions. >> All right. Because this is an action item, please. Yes. >> We can pause the vote for a second. I'll just make up a Robert and say we'll pause. Do you have a further question? >> Yeah. If we're going to give them the one one page or the one line should be more detailed before I have. So do you want >> Yeah. Do you want the motion to be >> No, no, no. It's fine. I just want to clarify. I believe board of education approved the engagement of Johnson purposes of negotiating or or to address the issue of the

office services. Is that >> Well, but I don't know if that'll serve the district's purpose. >> Yeah. Let me just >> this time Well, so I guess I just want to say that we haven't in the past when we've engaged law firms, we haven't sort of bound the district to any spec specificity. Um I think my understanding the way we've used different firms is when an issue is there the district says okay we need some guidance on this who is our best person for it and then they go to it. So the issues all still exist and whether we bring it to one law firm or another law firm really only matters based on our slate of candidates that we can choose. So I guess I just personally I don't know that I want to

tie the district's hands if we say Johnson is someone we need to work with occasionally and it might work some other issue >> right and so yeah for that purpose like I wanted to ask that but I don't feel I don't feel it necessary >> is the concern financial is that the question >> no I mean I I know. >> I was going to say question just so it's very clear. Mr. Oliver. >> Hi. >> Okay. Um, policies. First reading. This evening's packet includes three policies with minor updates. 3308 advertising, 5301, compulsory attendance, absenteeism, and truency. and 623101 management of the annual budget. The packet also includes training policy 5207 anti-bullying policy which will replace the current 551701 bullying and other aggressive behavior towards students. By law, the board must hold a public hearing before

adopting this policy. The policy hearing will be part of the March 23rd, 2026 meeting and all board policies are presented for first reading this evening. I'll move the board of education approve policies 2308 5301 6231 and 5207 for a second. >> We have a motion and a second. Any discussion or questions? >> We have the definition licensing. This is just for advertising sponsorship. I know definitely have sponsorship baseball. >> Actually, we don't >> take them down. >> Those are not ours. >> Okay. Okay. Okay. But but they're on our facility. That's still our facility. >> So, here's where we need to start. It's been an ongoing conversation. >> Yeah. Because um there well >> because our advertising as we as we're transferring the truth and all of that advertising around the district needs to have

a policy that's got we've kind of been no man for a little bit. So we actually did look at this and to try to thoughtfully think through what steps we do now what do we do and things of that nature. sponsorships. Um, >> you know, I think this is the one we were some of this was carried over and we didn't >> Yeah. And we didn't delete sponsorship or licensing even though it isn't directly referenced in the rest of the policy. Um, I think partly because we didn't know if we would need it eventually and it didn't hurt to have it there. Um but also and we may look back. >> I understand that they take it out. >> It's here for feedback. It's first reading. So >> yeah, absolutely. Yeah. >> Because the sponsorship

thing that goes funds goes into uh it's calc. >> Well, that's so that's why the indirect advertisement does talk about some of that stuff. So like >> Oh yeah. Yeah. Yeah, I I mean I think the law is working, but I just think how we doing public. >> So your question is about sports teams and sponsorships that other people are receiving that are going into funds that are not district funds >> that we're responsible for. >> Yeah. >> So that might be a separate question in terms of funding coming in. It's probably the finance Mr. at least for the school clubs school spelled out my real question is we're doing sponsorship I guess maybe the answer is that's listed on our facilities that I hope they would but I've never seen any sponsorship or they're

all pace but you get down this road X Y and Z. So what is sponsorship versus advertising? And if it's sponsorship I not still volunteer or it's a life superintendent somebody that >> so is your question about possibly taking out the DNC definition so that it's just really about advertising here that one of the things I'm just trying to get some feedback because the policy absolutely after first reading I I think you need to I think you need to add sponsorship to it. And sponsorship, they kind of go the same, right? >> Oh, just add to the title. >> The title and then maybe then add a paragraph of non clubs. >> Yeah. I think he's looking to expand the policy to make sure that it's covering other things that show up on >> right

on facilities. Yeah. I think it's well written, but I also think that I mean >> well and that's and that's been part of the problem. You have gotten off rails trying to get back on so we can say here's a policy that is enforceable here on but what you're saying we actually discuss a little bit. So I'm hearing a lot of clear absolutely come back to this or something else. So, so how would something like sponsor their banners? How does that >> go? >> Yeah. How does that get? >> That's what really that's what's happening. Banners are going up. >> Yeah. >> I have no issues with >> all the tape over nothing. Nothing appetizing cannabis or party store like that. You know, it all falls with the taste of taste what we should put

it on just so there is a process because there is going to be that one time someone's going to put something up. We're going to want to take it down and we need to have justification. >> That's a policy question. So, so I'm just trying to hear you. Are you asking us just to add the word sponsorship in here? Do you want us to take sponsorship out? Do you want consider another section of sponsorship like >> I think you need to add it to the top >> say get the license whatever you know and then you probably >> section >> a section >> yeah I'm hearing him say expand so >> false define maybe not >> yeah there's got to be their distinction There's got to be a distinction between what's >> definitely football. So

you're suggesting 3308 be titled advertising district licensing and district >> I don't know goes in there I don't that me that's when um so when all the the buy to make sure that we have >> we're approached >> every day local business puts us in a top position Should you say yes? Do you have to say yes to all? >> So, this one will clearly go back to committee. Are there any other scenarios that you guys can think of that we should that the policy committee should be considering when looking at this policy again? You've given us some good examples. Is there anything that we've missed that we also should be thinking about? questions along the lines of um I think what Dan is asking which is um when do we allow this couple when

do we allow put their name up is there a cost like is there a minimum fee so that it's consistent so that you're renting this you know 8 by10 section on the back you know the backdrop of this field um for $100 of this person's $500 I don't know is there just any thought behind that or any practice in terms of messing. Well, in terms of let's address the signage, but if you're talking about like being on scoreboard, >> no, not permanent. I'm just talking about signage and and you know can the little leagues or whoever soccer I don't care who she um the equestrian you know can they get allow for banners to and raise $200 versus somebody else who's I I just I talk about equity between >> Yeah. I I don't think

we >> I don't think we dictate we don't dictate it's whatever wants to support >> I I would I would suggest I think the way that they're that structured now is to really focus on content of the of the I think everything to do with the economics behind it probably deal with figure out how that's dealt I think it's a very good point. Um it's something we probably consider separate those two because I think we need to be really clear about about providing guard rails and the ability to content that's going on there is going through a certain process and certain approval rates. I think the economics of this lot more That's a that's a big expansion. >> Well, maybe whether you know so and so gets access to a prime spot for $50 and

this other company that does can't advocate for themselves as well gets their you know their sign up. I don't know nothing. I'm just thinking about you know we are off it is it's a high value um space for advertising and I think that um it should be fairly shared. The problem that I so the purpose of this policy though is to give direction of when advertising is done how to do it. All these comments are great and these are the struggles that the policy committee has had but like you most of the comments are about and then what and these this is more of a if something approaches you are the guard rails to put on that. So, here's a thought. I think there's enough questions and good feedback that I wonder if we should

just pull this one from first reading and we can take the feedback back because I think at the very least there is a wider range of issues that we need to address with policies and this might need companion policies to help our feel comfortable that the process and everything is is valuable. >> Yes. And if you guys have anything specific you want us as a policy play to consider as to this 2308, please let us know, email, whatever. That way we can consider that more because again these are all great conversations. We've had these conversations at least I've had these conversations for about two years now about this policy. So it's not what you're saying isn't out of the realm of if you have language or specific thoughts on me. So all right. So, uh,

questions on any other policies? >> We pulled 308. >> I'll amend it, but I almost want to see. Should we >> just wait? Yeah. >> Questions on >> 301. Oh, wait. uh so my question is tell me um so 10% of the year is8 hours right so we think that's 108 hours or seven by seven that's like 15 days right 18 days so 15 days so okay and just dive into this again. What um because I got this when my son was in fourth or fifth grade. He had pneumonia and he was out for like a week and a half and blah blah blah and we got this letter that said, you know, your child's true kind of freaked out because it's our oldest child and I'm like, oh my gosh, we're gonna get reported

because it says we're going to report you to child protective services. I think something that it could be and u so I'm just thinking about that like how what how does the communication go >> so after we run reports in the building or fast administrator look through screen letters there's a known so for a student who does have a long list for example if that was communicated in the building they're aware by the student that letter may and we also do have a responsibility to let the family know, right? So there's acknowledgement that we understand your child has had and we are also working to make sure that they're so we try to not send letter to family that is situation like that but we also feel a legal responsibility of the student. >> So

the the reason I brought this up is because we've stricken the the line without excuse >> which to me highlights that it's not exactly what you're saying. >> so these are actually two different paragraphs and I know that it's a little bit hard just the way I print it out. So, that first paragraph talks about specifically exceeding 10 absences or 10% absent in a school year just because you know as the year goes by the calculation is different. The second paragraph was um was meaning to sort of give a little more room to the district superintendent to um work with families because the valid excuse concept is a very difficult thing to define and I'm not sure that it's the what we've discussed in policy committee is not very helpful um because a family might

think that one thing is a valid excuse and they may have a lot valid excuses all year which are come out of school to a significant extent. So we took that out simply to avoid misunderstanding um not because we don't acknowledge that yeah there are reasons it's not going to be there. Um so these are technically two different paragraphs designed to provide >> provide notice and just open a line of communication. I think we were talking about it in light of the fact that, you know, there's a lot of uh press about abs rates and just the numbers of kids missing loss of days of school and just making sure that as a district we are underlining the importance of kids being in the classroom in order to learn. So it's just I agree >>

and I would just add that there the deep difference between the two paragraphs. The first paragraph is requirement we will send. The second paragraph is participants may send may follow up or communicate. So that's why I in that paragraph in particular we wanted to be a little bit more >> 623101. So this was a request from our CFO. So it would stream if you look at our budget reports and stuff like that. They want to see many services and then the sub categories. So those bills change. >> It matches our budget now. >> Very good. >> Okay. And then 5207 this is the anti be our first reading on the next specific question on that. So, I'm going to amend my original notion that the board approved policies 3, I'm sorry, uh 5301 6231 2001

and 5207 for first reading table for future. We have a motion and a second. Let's do a roll call, please. Hi. >> Hi. >> Mer. >> All right. Thank you. Um, in-house fresh pizza. This evening's packet includes a bid tabulation and recommendation from food and nutrition director Jeff Madison. >> Questions. >> Oh, let me get a motion. Sorry. approve the purchase of fresh personal pizza equipment from school for a total cost of 60,530. >> I'll second. >> We have a motion and just and a second. So now we can discuss. >> Yeah. So there's amendment in your packet along the supporting documentation from our food service director Madison. Um just explaining exactly what we're asking of you tonight. Used to have a fresh pizza program kind of became obsolete. It's something that she really wanted

to start again. Um this is uh remember food service fund is funded on its own right revenue comes in and only um that revenue can only be spent um specifically for the food service fund. Every once in a while we have that um uh excess fund balance right which that Jennifer is required to work with to put in certain types of expenditures. It gets reviewed. It gets approved. This is part of what she um submit. So, she wanted to invest in this personal pizza program. Um, and that's what she is doing here. Um, so she did put on RFP. Um, as you know, that's the best way to solicit um, pricing. You know, we really didn't know what was out there. Um, so she did a fantastic job writing that, pulling it together, receiving all

of the bids. We received two bids. Uh, drastically different approaches. >> Uh, yep. Drastically different approaches. Um but uh based on the analysis the review uh the recommendation is to um work with smart map. Smart mouth both upfront cost is cheaper as well as product. Um and that's what we have today. You tasted >> I have not. She has >> tasted both. >> I'm not sure about both. Um but uh I do know she she has so We'll make sure you get on the next one. Yeah. >> So, they'll be out. Um, so as part of this uh proposal or this response to the proposal, SmartB does offer training. So, they both come in, train staff. Uh, they have a specialty product. They have an online ordering system. Um, and they were able to work

within the um equipment. They were able to bring this back to the district with the equipment that we already finer invested. So, that's another reason this made a lot of sense. I'm here to Any other questions? Let's do a roll, please. Thanks, >> Christie. >> I >> All right. Um, approving MASD trainings. The board has established a goal to obtain MASB honor board status which means every trustee reaches certified status in furtherance of this goal and because all 100 level classes are still reimbursed by MDE. It has been suggested that the board pre-approved expenses for all 100 level MASS courses and this approval we will do each fiscal year that the board of education approve registration expenses for all trustees to complete all 100 level CBA classes or elect heard you talk of these is

if um if there's a new person elected um would we allow them to enroll in these classes prior to them being sworn in which I would be supportive of. So that's one question and we've also talked about I know that Dan had taken a couple classes prior to being elected or even voting. Um, so a lot of community members also participated in because then my last question is how many on the I know this a lot but where are we with getting to the honorable stats board stats? Um, >> question would we allow a new trustee to take uh class? I think we would need to handle that when it was time, right? >> Yeah. And I'm sure if that was >> it would probably come to action at that time. >> Okay. So, we

would we would specifically allow that. >> Okay. Probably the same thing >> because the motion said something like once a year that we're talk about this. So that's why I was not >> just the blanket uh the blanket okay for trusties to uh enroll in the 100 levels just to sort of keep us piecing. >> The first one is that second one or would we allow community members to take it if they wanted to? >> I think what we said during the vacancy time to people was that they should reach out to me. Um, and then I think this is just a thought, but I would think we would bring it as an action item. Okay. But >> I just want to make sure we're being thoughtful about how much we spend. And I'm not

sure if um non trustees are reimbursed, right? So, it would come out of our funds. So, we would just have to be thoughtful. >> Yeah. Yeah. So community members should just reach out to the board themselves. They can email all of us. They um and express interest or if they express interest to you, you just by way of other example was training on student day and most boards don't actually reimburse DBAs. So there was a board member that had gotten something got out of the hospital. She was there. She had shown up 145. She wasn't. So I think that as a board board elected boards and or appointed board members, we're very blessed that our district is reversing us and I think we should consider that um >> statement just because I but I'm about

to give >> absolutely true. She said there's another person that district that she says they didn't so I was surprised. >> Yeah. I mean I saw I was at conferences where the board you can stud so it just depends on the board. >> Understood. I guess my my point is though as trustees and as appointed trustee um you know to reach beyond that into the community that may be a little bit and again I don't even know if anything but I think if me personally case by case but I I wouldn't mind doing but >> I think there's there's a relatively low ceiling on the 100 level classes for board members is covering a big portion of it there's only so many collection open up to the community could be a large number could be

a small number a blanket ahead of time >> and then especially where are we with the honor board status >> what >> the honor board status >> who certified if you're willing >> I am not our new board members Yeah. >> Yeah. I am >> I want a cord for that. >> I think I am too. >> Yeah. So, our newer board members are still >> got plug. >> It's on reasonably push it class which I think is two years which yeah two years they are helpful in person too they're great people see some really but you get to meet a lot of people talk their experiences you don't have a lot of >> yeah the leadership conference but it's a really good it's eye opening I guess >> okay so we do have a

motion on our table um are ready for that no sorry I just think we do have table um Okay. So, let's move on to votes. >> I >> All right, moving on to discussion items. Um, we have a draft 2026 2027 meeting calendar. It is a little bit earlier this year. Um, normally we wait for the district calendar to come out, but we have busy board members and we wanted to make sure that people had a chance to get their schedules. So, I'm going to throw this over to Ryan um to kind of walk through the months and start major. >> Yeah, I think we're starting the calendar to the year. We're obviously looking for a cadence that makes sense for this group and try to space things out. One date I think we should

circle is date first day of school. It's important that we have a board meeting shortly before the first days. You know that our HR team do an excellent job of hiring and making sure we're in a great position. It's usually where we can post all of us in August July that every once in a while falls through the cracks someone resigns someone do a late hire. So if possible the 24th and obviously the 31st the latest terrific and then from there as well for every other type cadence some of the months as it falls we will be getting potentially back to back which I know can be challenging now board members but also for hoping getting package wrapped up and then secondly next week so doesn't matter to me where we start we want to

start July try and look at every other week till we can can't do every other And I know schedule was previously set out their summer calendars. It looks like most of us are available most every week. >> Ryan, do you have a preference between the 24th and 31st so that we can target? >> I think the 24th would be ideal if we can get that 24th day. That gives Barb to get everyone all set squared away. The 31st we actually bring people in. We have professional development that day. So it is helpful we can do it. If we had to, we could. It just makes things cleaner. So, if we were to circle that 24th and then work back two weeks, it looks like tends to be a good possibility. That would satisfy our two

meetings in the month of August. And then again if we went back we the 20th board and 27th worked very well in July makes sense. >> Do you want to say 27th then just to >> give people time to work in August or is July before you get board back? >> Well it looks like July and August are both set 27th and 24th moving to September. We traditionally have had one meeting. Uh the 14th would be nice or early. We're back to school. I know it's a busy week. We're hope we're finishing up registration, but we absolutely can make the 14th. The 28th the only thing that think about is we're pushing into October and then we're going to push >> 14 makes sense. And every year we need to do that. Think about now.

So, so the 14th is that a good time for the district? >> I think well the district fun 28th backtoback weeks for cand forum and then potentially an October 5th meeting. this 28 could be a candidate for >> potentially could also we could hold it for now. >> Sure. >> All right. Then to try and get back on the every other week schedule be circles October 5th October 19th >> our regular >> do you want to go close >> well I was just looking but um November 216, >> right? Right. I'm just speaking in October, >> but there's usually >> this year mid October, >> right? We do Monday and Friday. >> Yeah, it was just >> okay. Okay. So, November 26 and then we're trying to pick is it better to do earlier in

December or >> I just said we're doing second >> January looks like it's for I think we should hold for >> then that would be what February 8th or say >> 11 or 25 February 8th and 22 same March 8th April 12th and 26. Does that make sense? >> Is it better to have? >> Well, I would suggest holding two dates and >> Yeah. canceling it. If able to collapse one down, then great >> or do you want to do the seventh and the point first because the seventh would be the defense. No, no, you're right. Let's be so odd. the >> set more than likely we can set up people ask. So, would you like to have a meeting that week or not? >> Okay, we'll do the 14th. >> As much as she

likes time with us, >> we really appreciate >> 14th that needs to be there. Well, this is our regular calendar, but if we can collapse any of them, >> you probably think we've had a record number of meetings. I'm not aware of any. So, let's just >> Okay, that gives everyone a place to start. Um, thank you. >> Great. Um, okay. Uh next I just want to talk through the student representative recruitment and application process. Uh it is getting time for the high school to uh work on that and I just wanted to review the process and give time for board members and student members to provide any feedback as the process is finalized for this year. So I'm going to hand it to >> hard to believe we are getting toward the end of

the year. that could get up there with your spear seasoned representative on four. We typically try to recruit current incoming junior that the process the high school has they'll send email out to all graders as well as they'll make sure to make my advising staff will sign up to talk There is a form that creators have an opportunity to express their interest question and from there interviews are screened with DHS. This year we're going to propose a slight modification as we include our returning to join administration to have a chance to see all the interested provide feedback. Traditionally that team has sent minimum one candidate to the superintendent sit down. So that's the process that we have historically tried to use that we plan to use this year and there's an opportunity for feedback for

the vision. >> I think that well with what you guys are being that's fantastic and maybe >> we can also video like talking about when that application process you I I was asking >> sorry if you weren't involved in the past, but we'd like to do it. >> I understand that it makes sense, >> but you don't you're out of I'm working. >> So before she gets her diploma last year, it worked out like I'm sorry if I missed that. What is the timing of when we have a new representative? early. Yeah, I think our early days are try >> and I did already express just an interest in making sure there was something written and clear about like what we do. So hopey kind of put together a little flyer um just because I

wanted to make sure that information to everybody. >> Yeah, good idea. >> It's a great idea. Give away your money. >> Yeah, any other feedback? Sound okay? All right, you guys can proceed with that. Thank you. Um, okay. Finally, the evaluation process for the superintendent. because we have a new superintendent. I just want to take a minute to sort of outline publicly what we do. We have been in a rhythm with Chris. Um so I just want to make a few notes out loud and if anyone has further feedback or wants to clarify anything, let me know. Um we are still planning to use the MASB evaluation tool. This year is the one that um everyone has either been trained on or will be trained on by the time we do the evaluation. Um we

will continue our process of orderly um reviews in close session um at superintendent's request because we have a Trump meeting here and because there's an election in November. I do want to make sure we get through this whole process with this board. So it's going to look like they're coming quickly just to make sure we get each step in. Um but it will just give us an opportunity to have good and close communion with sprinter. So um I have a calendar here that just just to to say what I'm thinking either the last April meeting or the first May meeting. We'll do a quarterly review. We will do our midyear review in June. That is a new requirement from the state that we did not fulfill with Chris um just because of the way his

uh evaluations timed it. Uh we'll do a quarterly in September and then we will do our full year evaluation at the end of November so that we can have the write up done and finalized in the December meeting. Does that sound good or does anyone have any feedback on that? >> Oh, thanks for being >> Yeah. >> So we can kind of >> Well, and in an effort to like sort of reduce committee load, we did get rid of that committee. So I will manage the timeline and we will do the work as a committee of the whole. Um just to just a reminder I know you didn't mention this but the the training is required by the the state of Michigan. It's a it's a law by the legislator. So um all board members

are required to to take this training so that we're familiar with the tool and are qualified to evaluate those. And I think that there's quite a few virtual options on popping off like catch those. >> Sound okay then? Okay process. All right, it is time for our second opportunity for public participation. Is there anyone who would like to address the board? All right, we will move on to board comments. anyone >> um just I talk about NESB a lot um sign up for the spring it's inc one and two so a Friday and a Saturday lots of good stuff and it is nice it's a small small form I don't know if anybody else easy to get to always do So I recommend you do it. >> There's there's social network. >> Yeah. And if

you take a I take classes that go from 6 to 9. It's a late night. You know, you're in all day, then you have another night shift. >> Any other comments? >> I guess that's Thursday. >> That's Thursday. If you want to come to be one of the reigning champs, your table, it shows you don't have to be good. intelligent win table. They have a great team around it. Show line on up and uh it will let you win. So it's a fun second comment at the forum this weekend. There weren't some uh comments made about field house know where they came from everything about it about it. quickly explain there's 20 town halls 50 people on the committ for over a year you know blah blah blah that kind of but more after that

uh a lot of people came up I don't know if you people come up and just me people on the board because the board and the community all positive comments even one guy he's a teacher one But a lot of just positive comment after you know minus there was also someone from the Dexter city made a comment about our relationship actually came on board said great I I could not kind of weird comments made but this kind of but again I'll pause your dad was there Grand. >> Yeah. Somebody's here. >> All right. Thank you. Anything else? All right. Information items in our packets include just updated committee assignments. I think everyone's made that switch. Um just a few adjustments. facilities minutes, CE minutes, policy minutes, and nice job note. So, lots of great things

to look at. Um, we are now going to move into close session. So, I do need a motion. Take like a three minute recess here. I'll board of education close session for purposes of conducting super after about a minute. Thank you. We need to do a roll out. Hi, >> thank you very much everybody.
