Yeah. >> The other thing I said Casey will pay the district will cover the difference. >> Yeah. You know, if you have a contract with Kennedy Graven, great. We'll, >> you know, we'll work with them, but whatever you pay that rate is $200 an hour or $300, whatever the rate is. And we get that and you don't have to pay anyone the difference if it's different. >> What's that? She's not expensive. No, not too bad. I can't remember. I mean, >> oh, she just crazy. >> Oh, really? So it is quite a bit. >> I call the meeting to order. Please rise for the pledge of allegiance. >> I pledge allegiance to the flag of the United States of America and to the republic for which it stands, one nation under God, indivisible, with liberty
and justice for all. Right. All right. As part of the opening, I always read the district mission statement. In partnership with the communities, the mission of the Milworth Wood and Felton School District is to educate individuals in in an environment of trust and respect so they become self-directed, responsible lifelong learners. And then we also have Chase and John. Okay. >> and Brooky Brook. Um, uh, agenda. Is there any changes to the agenda? >> Uh, no changes. Do I have a motion to adopt the agenda as presented? >> Motion by Brit. Do I have a second? >> A second. >> Second by Angela. Any questions or discussion? Hearing none. All those in favor say I. >> I. Opposed. Motion carries on. Number five, public comments and rebel recognition. I don't think we have any public comments.
So, rebel recognition. Um, nothing's coming to mind. I guess nobody shared anything with me. Um, we have the book fairs going on. So, thank you to uh Amanda over there. I know that Natalie was doing it here earlier or last week I think it was before. So, lot happening there. And we have kindergarten roundup tonight. So over and in Darth obviously that's why we're here but uh yeah so I guess those are things are happening >> spring sports are in full-fledged and so yeah >> test that volleyball team group JL volleyball group hosted a really great tournament this weekend for all the kids. The tournament went ran incredibly smooth for everybody and it was um a great turnout. So thanks to her for putting in that work. >> Awesome. Any other rebel recognition? All right,
we'll go on to number six. Uh 6.1 six number uh reports 6.1 building and grounds directive report. Okay. All right. So we'll start with custodial. So employee update good. We got one morning shift and one night or five night shift. Lynon, we are down one night shift. So, we have one morning and four night. I did uh end up hiring a sub custodian just to fill in some of the gaps whenever we need it, whenever he's around. So, that's been helping quite a bit. Um for the school year, it's been going pretty well with the occasional shortage of employees due to absences or other circumstances. Um but we're always looking for ways to adjust and save time and money. So, uh, summer's coming, so we're working on a plan on attack for both sites. Uh,
Glendon has a lot of new hires, so there's going to be lots of opportunity to do a lot of training. Uh, equipment and supplies. We're going to be in need of a few vacuums. I tried going the cheap route, and there's a reason they call commercial vacuum a little better. So, I'm going to be looking for some vacuum and then we negotiated some good prices with our chemical supplier uh which will help cut cost. I think that was schooly. Can't remember. >> Schoolie Mitchell. Yeah. So, that'll help out quite a bit. And it turns out we were getting a pretty good price anyway. So, that was nice to hear. um maintenance side of things. Uh we've got three employees now with the addition of Alex. So we got one at each site and then we
uh have Alex floating back and forth. Alex has taken more of the role of the preventative preventative HVAC and boiler side of things. Um and also grounds. Alex and myself have been slowly working on creating a living facilities document where we keep track of all our information and we keep it all up to date. So, it helps us cut time, uh, make better decisions, more informed decisions for future issues. And I wanted to thank John for helping me out with that. Um, I don't know if you guys have heard of C or CMMS. They're computerized um, maintenance trackers. And so, I've been working with him for a while trying to pick one. He's like, well, this is what I do. I make my own. And so, he showed me some things. And so Alex and
I are just going to town on that. So everything's going to be documented and whatever you want to see is going to be there. So that's awesome. Uh science room drain update. Uh we're going to be holding off on doing anything with the drain this summer. Uh we spoke with the contractor and the insurance company and his insurance company says there's no issue if there's no issue. So, we're just going to see how that goes and when it happens, then we'll talk to him again. Um, we've fixed and resurfaced the theater stage with the help of Mr. KDson's class and himself. So, that was kind of nice to get the students involved and it was makes a huge difference on that stage. um change all our IP addresses on our HVAC equipment. Um, whenever the
we have a glitch in power, we'd lose communication with a lot of our HVAC equipment. And John and his team, again, thanks to John. Uh, he's like, well, can we just change the IP addresses ourselves? So, it's more what is it? Static and >> static IP address was versus dynamic. But when we work together in your vendors identifying where is this valve or equipment in our building. So when we assign it a static IP addresses maybe even from power bumps but when it goes offline we really need to know that piece of equipment is in room 117 this part of the building because there are literally hundreds of them throughout the throughout the >> yeah John had that idea idea of labeling them. So, we're slowly finding all those and labeling them and putting it
in that document that we're creating. So, that'll save a lot of time just searching in the ceilings. Uh, boilers are doing good. We continue to keep a close eye on them and then repair as needed. Uh, health test tickets in a timely manner. Uh, as well as some of our smaller projects. Uh, if you guys ever go on the strategic plan, there's a to-do list on there and you guys ever want to see what I plan on working on or what's on my list, it's on there. Uh, received the new door hardware from a security grant that John submitted a while back. So, we uh we're going to revamp our key system next year, but we'll be having checkout sheets and agreement sheets for our keys. So if they lose them, at least there's some
responsibility if you lose a key because we're handing out too many keys. And once we have that in place, we'll begin to re key the door site. Uh local law enforcement received a grant also for digital maps of our schools for helping during emergency. So CRG, critical response group, came actually two weeks ago. and walk through the building and it tells you the location of AES, fire escapes, cameras, everything. So, it's a virtual map that they can walk around the school with. So, that's kind of cool. Uh, and then Alex has been coming in on weekends for boiler checks, which helps cut costs on our over techn. Alex will be doing most of the grounds work this summer with the help of Ryan, Brian, and myself. We're hoping this will help not having to hire
anyone for the summer. We have a total of about 59.3 acres of mowable grass. With one person mowing, they have to mow 1.5 acres an hour to complete both sites. So, we got a lot of grass. Um, our mowers mowers are starting to show their age. I'm going to check in with RDO and see if we can come up with a trade in for something better or newer or if we're better off fixing what we have and sticking with those. Um, we're getting better with our preventative maintenance plans with those uh grounds equipment, so hopefully they last a lot longer. And then we're looking at selling the Kabota tractor with the attachments, finding something smaller and more practical to fit our needs year round. Something we can use during the winter to help with snow
removal and stuff like that. Something we can get closer to the doors. We can do mowing with it and all that. And then I said, please check out the grounds improvements link and our strategic plan. Alex made a document of some of the projects if you guys are interested. >> Y >> and I apologize if I've already asked this over the years. Is there any way that the school is able to get um recycling bins for when we have events or just in general to have? And I think I asked Tracy when she was kind of in that role and she said that it was I think she said it was too costly to get >> it is just because the company or Fox that we go with now they just do paper. >> Yeah.
>> They won't do cans or anything else like that because it cost too much to separate it. >> Um so if we did go with the cans and the other recycling, we'd have to take it to whatever recycling place ourselves every time. So, I can look more into it, but >> it's just, you know, because I know we sell bottles and cans at concessions and then it all just ends up >> and we have recycling trash cans too that just sitting around. So, yeah. No, I've thought about it, too. But I can see exactly how much it costs. >> And I I don't ever quote it. I mean, it's just one of those like, you know, be nice to have. I grew up in the produce, reuse, recycle era everywhere. >> I recycle home, too.
>> I do, too. >> I got two different bins. So, I recycle. >> I know. We had some roof leaks recently. How is that going >> right now? Good. >> Well, the snow's gone. Um, I don't know. So, 119, we've had issues with that room for quite a while. Uh, I think we figured it out because they kept doing little patches and little patches and so I was up there with them and I said just do a big sheet, cover it all and done with the little patches. So, I think we got that handled and we're doing some mold mitigation in that room. So, that should be fine here. I think we're good here. Um, but yeah, it's hard to find them and know they're there unless something happens. So, we'll just keep battling it
as they come. >> Chase has a really nice before and after pictures of room 119's brother. I mean, it's it was crazy. I'll just say it then because we talked about it a lot how they were patching it before. It's like working. >> Is that the sixth grade science room? It's the Well, it's the smaller special ed room across from It's not Altabelly's. It's not Yeah, it's Carrie Carrie West across from West Carry West. >> It's where they tied in when they you know, they call it Jurassic Park, but that middle area, >> it's where it got tied together and it's Yeah. less than ideal, but now it hasn't leaked since then. >> It's just a pinhole. they find and it's like really that caused that much damage. So, >> and is that all insurance
based then? >> Yeah. Since uh we've been having >> Yeah. And that is an insurance that's just because of the construction project there. So, that they're still coming and fixing those. >> Okay. So, that's not we're not incurring additional expenses. >> Not in those areas. We have some older roofs though too that they had to fix. So if you look in the bills this month, there were some Herszog bills, but that was older roofs that they've had to come in a patch, but that particular spot has been a part of the construction. Yep. Yeah, good question. >> Chase Susk and I asked him to stay because we have uh facilities and uh transportation committee after. So he's going to stay in case there's any other questions with that as well. >> Any other questions for
Chase? >> Thank you, Chase. All right, we'll uh move on with the technology director report Jacobson. >> Great. I'm just going to talk about three things tonight at a high level overview, but each of you should have a document with some of the items. First one, uh AI integration. Um, our goal is always to enhance learning, streamline, you know, efficiency is pretty simple. But, uh, I I heard another school talk about this at a conference and I thought to describe EDF well, we're in the messy middle when it comes to AI integration. What that means, we're not all in full AI, which we shouldn't be, but we're not putting our head in the sandbox and ignoring it, saying it's going away. We're learning, we're adapting, we're trying different tools, and some of that works great,
some of it not so much. So we always have ongoing conversations. AI philosophy and procedures are different from the elementary to the middle school and the high school. So we have intentional conversations of each site and what tools we use and there are some tools we ban at certain sites which are allowed at the high school. So um my opinion that's good. That's let's continue to have those discussions on it because that's healthy. We have training sessions. We have monthly training sessions on Gemini. We have month training opportunities on Canvas notebook. These are brisk and some other magics also popular AI tools in the K12 sector. And some staff are eager beavers and want to you know know all the nuts and bolts right away. Some nope, I'm good. Really want nothing at that's fine
as well. So we're just trying to move the organization continually on what tools work well, what ones don't. There will be coming down the pipe working with Shannon and myself and we're in early discussions. MSBA came up with an as an AI policy. MSBA themselves, I appreciate them saying this, said, "Here's our template for AI. It's a template. Each school, please make it your own version." That's their words on it. And I I I really liked hearing that because there are some things I said we can do and there's some things that might work for a Henipin or Minneapolis school district, not so much for DGF. So, we're going to have some some more dialogue and find that right right literature that works well for us. And then that's something we share with staff on
say here's what it is. It's a policy. That's great. But the your classroom rules and expectations mean more than what a policy will have in place. But some are looking asking for policy on how we deal with AI. So all all healthy discussions. Um we do lead with Gemini. We're a Google shop and we kind of wanted staff to a year ago chat GPT was kind of the gold standard. That's no longer the case for reasons beyond our control. These are sometimes trillion dollar companies. This is going to change. So our goal is really people get familiar with the tools, but since we're a Google shop, that's going to have a tighter integration with their calendar or drives. It's also going to have more reporting, more guard rails to reduce the chances of somebody sharing
something they shouldn't. Could it happen? Absolutely. But it's a guard rail. Second item I had is just going to talk about some grants, funding, and efficiencies uh secured some telecom money. That's pretty standard. As Jason mentioned, we were fortunate got a MDE cyber security and facility grant. Um, I bought anything from help offset cyber security insurance to cameras that we needed to 30 grand in door locks at the door. I mean, it's super boring, but it's stuff that helps DGF. So, you know, it's it's it's a win. Um, I'm also publicly sharing And I encourage the staff. We applied for one for the Department of Justice. We didn't get it. And I know I work with different departments said that's okay. We're going to learn from that. You know, you got some time, you know,
spent on that was going to go for a lot of different CB radios, more station, you know, charging stations, have it consistent both sites. But I got the quotes that grant will more than likely become available down the road. Open that work in initial time. We'll be able to capitalize on that. But I really am trying to encourage others that you know what the world doesn't come to and if you don't get a grant so what you can always apply when it becomes available. Let's give an honest attempt trying to utilize external funds before we use local funds. Um some cost savings. We're going to have the students share their devices at the elementary level. That's close to about a $50,000 savings annually. We came to that decision. We looked at different utilization reports and
kind of how often those devices are being used on the day-to-day operation. And we shared with the elementary staff and said, you know what, for the next couple years, it's probably going to be business. Usually those device will be in their cars. They can have theirs, but we're not putting new devices at the elementary level. So, it's going to be instead of John Jacobson's Chromebook, it's going to be Chromebook number 10 in cart two. we'll be able to do this for the next couple years without throwing new money into it. We're going to live that for the next two years and then all right maybe years three and four we might need to say all right we got to put some money in but we're going to see how this works. my gut tells me
we'll say, "Yep, we don't need to do a full grade level." But we're going to say, "Let's buy 30 more devices or 40, you know, devices." Where where is that need at the elementary at the grade level and we're going to look at the data that says this is how often this is being used and let that be the the compass on where to prioritize for for future resources with the student devices. um leading with non-touchscreen devices saves about $20,000 a year. I asked each of the sites, I said, "Is there any educational or learning any educational activities that require the touch screen feature on it and I haven't had anything yet on that and I brought that up at staff meetings, get people thinking about it. But moving forward, our plan is that the
middle school and the high school, you still get a ruggedized Chromebook. It'll be faster. It'll have some cost savings initially, but also the repair cost for mom and dad when that device gets dropped. A non-touchscreen display is about half the cost of a a touchscreen device. So, that was a cost savings. Um, and then we leveraged some payroll costs. Um, utilizing some IT funds, my time, my guys time on areas that we help out, but we're we're using those once in a while offset some of that. Last but not least, summer projects. Got close to 20 projects. I'm not going to bore the group with the details other than uh the one that will be significant is we're going to do a refresh on our servers. VMware is a company that's probably used by a
lot of schools, law businesses. They are essentially getting out of the small medium enterprise sector. They don't do that by just saying we're out. They increase the premiums and licenses to a point that is cost prohibitive. So DGF, like many other schools, is making a transition. Our license expires June 30th. Our hardware is updating my guys on all right, this is going to be the new platform that we got to learn and we'll use Microsoft and what the model we're doing, it will be compatible till 2034. So it's looking at it from a long-term lens so that when we have platforms that say we want to run our HVAC climate controller, we got doors on it. This is the Microsoft server platform. We're compatible with Microsoft lens till 2034, but at least these outside vendors
know this is the what the tool we're using and how. >> So, how does that work if we're a Microsoft server, but we're a Google platform? >> Yep. Good question. So, we have like a lot of schools and organizations, some of our equipment on premise, some in the cloud. So we're the Google is all in the cloud or Gmail, calendar, drives, all cloud-based. Part of that's because Google provides it per school. While it would be my world would be easier for all cloud, the reality is that's not the case because we have doors, we got a tracks, we got some still programs required on premise infrastructure. So we get to manage both and that's why well some of it's going to be Microsoft some of it's Google. So good question. Any other questions for Jim
>> John when what are the grades again where the students swap out their Chromebooks >> moving forward? It's going to be grades five and grades nine. We have a four-year refresh. So we preach the kids, hey, welcome to oil school. This is your device. to your device only in the next four years. You know, we I got Ryan. He goes through the details. This is how you should carry it. This is how you should do these things and try, you know, transport from room to room. And then the same with the high school. They get a ninth grade. It's right there until you graduate. So, it's this is your device for that school's journey. >> Any other questions for John? >> Thanks, John. >> Thank you. >> All right. going to 6.34 committee reports personnel
committee and we met after the last board meeting we talked a little bit about administrative contract an uncertified resolution certified negotiations are on our door step basically we're meeting March 30th March 30th be our first meeting our first meeting so um the administrative contracts roughly about 3% increase overall. Um, so nothing terribly extraordinary about that. Any other things from the personnel committee? Any questions? >> All right, move on to 6.4. The superintendent. >> Yeah. Um, first one on there is capital visit. I leave tomorrow morning. Um there's a house uh ed finance uh hearing at 1. So I'm going to go to the capital and sit in on that hear their their finance report. And there are some uh people testifying tomorrow. So I wanted to hear that. Then I'm go from there to their
house uh policy head head policy uh hearing and same thing. There'll be some people testifying there. Then after that we start to get together with some of our local uh legislators and then Wednesday we have one on one time kind of with them. So those there's all scheduled for Wednesday um most of the day. So yeah. So share I uh I've been working with Marcus and Brooke on a and and and l proposal. Let's uh I'm going to share with you guys. I'm going to bring it down there uh and share with MA Sam Wals um tomorrow and just kind of a weigh how it can help every school in the state and I got some Yeah. Anyway, we'll see. U Marcus and I think it's something that would benefit everybody to have some more
authority and how it's proportionate based on your referendum market value which is L is how it's figured out. And so yeah, I've got a few spreadsheets that I'll be sharing tomorrow. Hopefully that makes sense to them and it it helps more schools and I usually would face things that wouldn't happen this year but hopefully it can happen uh next year during legislative session. So we'll see. Uh I have second thing on there is JLG mediation. Uh David and I go down there uh Eastern Monday uh and we'll have it the following day which is Tuesday. I think it's the 7th April 7th. I remember right sixth to 7th. >> Yeah. I think we head down on the 6th and we meet with our new lawyer on the afternoon or evening of the 6th and then
it's hopefully by noon we have a great handshake and a nice big check anyway but that's the next day. So just a heads up on that's coming soon I guess. Uh health insurance uh this was great news and I think I shared this maybe with the weekly update too. Um it looks like a 0% it's well we know it'll be 0% for sure. We are throwing back and asking for maybe 1 or 2% reduction. So we'll find out soon but we have already got the official that it's it would be zero. Um and I think I shared this again in the weekly update that in my 34 years in education I never one time as a teacher as an administrator have ever seen that. So we're yeah just really happy. That was a huge win
for our district I think. very fortunate people are healthy, right? We know that's a big factor. >> It's unbelievable. >> Yeah. >> Well, and a big thanks to the both the certified and non-certified staff. Some of the proposals we've put together over the last five years really since Shannon's come has been intended to try to get to this point and it's paid off. So I mean kudos to them for putting resources that really benefit the whole school. Yeah, it's yeah it is it's a huge win. So that was nice. Um and the last thing I have in there is of course we need to have a discussion and so I think it's time that we think about a work session for the full board to talk about referendum. What's that look like? do we need
to ask again to our public uh how much all those things right and so I guess I just like to sit with you guys at some point so start thinking about that um we started to look at hey when last year did we kind of make some of these decisions and have some of these and it's pretty much coming around the corner here so want to just get it out there for you guys to start thinking about that I know we have negotiations with an uncertified starting too so you know after a while it's like enough's enough to because spring is busy and we have kids and yeah anyway but I do want to put it on your radar just so we start thinking about um what we should do. Okay. Um tonight and I
don't have it on so I apologize but tonight in our facilities and um transportation I'm going to talk a little bit about the land swap and where we're at with that and our timeline too. So I'll share some more at that meeting. uh questions for me I guess >> work session are you thinking April or May? >> I think April I well ideally I think but I don't know all your schedules either. Um, only reason I say the sooner the better at least to get it started because it may take, you know, Wednesday, Tuesday meetings, I don't know. Right. So, >> I have a bunch of work travel at the end of the month and so if there's an opportunity to try and that last week and a half >> of April. Yeah. >> Okay.
>> Yeah. No, that's that's good to know. That's what I mean. I think if we start talking about it now, um, hopefully we can find that good date or my date or whatever works. So I guess to to Angela's point of sharing that if anybody else has stuff too you know let's kind of share that now um so we kind of know what to avoid. Yes, >> I think May might be dicey just with end of year. >> Yeah, >> so many things and so >> agreed. >> April would probably >> I mean I think it would always be nice to tack on to the beginning or end of one of our board meetings just because these nights are kind of booked for us already for most of us. I would agree and I think
that would, you know, like it could be, you know, after the board meeting or before the board meeting. Yeah. To just have you stay here and let's start talking about >> and then I can have things prepared and >> Marcus and I can be here and >> Yeah. I I agree with you, Britney. I think that's makes sense. >> Any other questions for Shannon? All right, we'll go on to seven 7.1 to approve the regular meeting minutes on March 9th, 2026. Do I have a motion? Motion by Nicole. Second. Any questions or discussion? Hearing none. All those in favor say I. >> I. Motion carries. On to number eight, the consent agenda. Uh it's to approve the bills for March 2026 in the amount of >> $253,183.38. >> Approve and file for audit the treasur's
monthly budget report which is part of your packet. Approve the resignation of Ethan Lia professional effective May 156. Do I have a motion? >> Motion by Angela. Do I have a second? Second. >> Second by Cole. Any questions or discussion hearing? None. All those in favor say I. >> I. Opposed. Motion carries. On to number nine, doing unfinished business 9.1. This is to approve the DGF fiscal year 2027 achievement and integration. Do I have a motion? >> Motion by Laura. Do I have a second? >> Second by Lee. Any questions or discussion? >> Just so everybody knows, our narratives stay the same and what our the goals have changed only in that the percentage we're trying to improve on. Um, and I have the report here, so if anybody wants to see it after, uh,
you can. I shared it with you this morning. It's kind of lengthy, but just so you know, the narrative, uh, stayed the same. >> Yeah. And was this known by a different name at one point? >> No, this this is always been this is part of your MCA. get recognized and we have a a minority group that got identified. It's it's an interesting how they do it. We're right at the threshold but >> right right >> it is it is what it is but uh you're thinking of the world's best workforce I think. >> Yes. >> And that was and this is a part of that and it's integrated in it. >> And so if you remember last year when Britney presented and now that's comprehensive that's changed its name too. So now it's comprehensive
something something >> but the ANI is a part of that report. So she did share it then um in December last December and now this is updated for next year for the next three years. So >> any other questions or discussion >> hearing none all those in favor say I >> I opposed motion carries on to 9.2 this is to approve the fundraisers as presented in your pack. Do I have a motion? >> Motion by Britney. Do I have a second? >> I'll second. >> Second by Mora. Any questions or discussion? If you notice, we colorcoordinated it. Um, and green is for the board because that is an activity account. So, those are the ones that you approve or whatever. And then if they're pink, they have a club. But it's just so you understand
like okay what are the clubs doing? Okay we don't control that but we that can make maybe a a potential decision on uh one of our activity groups if we needed to. Okay. >> Did we already approve the one for um like track and stuff? We used to have see all of them even the ones that were approved. >> Yeah these >> they just did one tonight. >> Okay. Yeah. And those so we just printed cuz color and all that jazz kind of to show you this the first time. Sure. >> Um, so we didn't print all the old ones cuz those were approved before. >> Okay. >> So the only new ones, actually the new ones on here, I think are just >> like the DJF parents group these the bottom one, two, three,
what? Five there are new ones. >> So the most of the spring sports had already put theirs in in January. >> Yes. Yep. >> So the crush for a crush for approving when it's done. >> Oh, I'm sorry. Say that again. >> The crush for a crush for approving when it's over. >> No. Which one? >> Or is that for next year? Are you approving it for next year? >> Soon council sells crush for Valentine's Day. That must have been, you know, I would we don't have the whole thing. I could see the date that it was approved. It hadn't been approved before. So, um, >> nothing here in this one. Oh, dance team is new, but then that's a club thing. >> And the boys basketball team has always done stuff in the summer.
All the rest are things that have happened in the past, I guess. >> I see. Um, you know what what we need to do is to make sure we print the whole thing because then it does show the approvals, too. But it's okay. >> And it doesn't have to be in color. If you could just do light gray or something so that it's we're not I mean I don't need a fancy >> Nope.
