Mhm. >> Mhm. >> I pledge allegiance to the flag of the United States of America and to the republic for which it stands, one nation under God, indivisible, with liberty and justice for all. Thank you, everyone. Um now we'll accept the session at the beginning of the meeting. Do we have any announcements? No. Student highlights. Good evening, everyone. >> Mhm. >> Court is adjourned. I have a frequent serious report as it's been pretty calm the past few weeks, which is great, great news. Um students have come back from break and it's been very refreshing. Now it's starting to feel like the end of the year, so academics are starting to turn up and it's starting to be more than It's always been serious, but more than ever. Students are very excited about the new gym
floor that's coming. And I thank you all I thank you all for putting that together. And some are still skeptical over that it'll be finished in the time frame allotted, but that's to be expected. And um besides that, really it's all been smooth and calm. That's what I've been able to gather the past few weeks. Thank you. Thank you. Okay, reports from district administrators. >> Thank you very much. We'll start with the elementary school, we'll start with Ashley. Oh, fantastic. We are excited also to be back on stretch. Um we just had today is our culture caring week. Introduced dignity as our value word. So we had two separate assemblies. The fourth graders did a skit to model what dignity means on the playground, which is really perfect because we're getting into our spring vacation
coming up soon because we know the spring time sometimes brings out some challenges as far as um supporting students behaviorally. Um we also were able to celebrate Mrs. Kraft today. So we were able to surprise her with some cards from all the students for assistant principal's week because without her um it would be very difficult to do what we do day in and day out. Um we touched on it is state testing is coming up. So with our third and fourth graders specifically, we just talked about um trying our best on the test and just making sure that we put all of our effort there. Um that was about that. We are also heavily planning with Lawrence Gallina our summer reading map program that we partner with for Marion. So Lawrence going to be the
administrator one of the administrators there. So that lies in itself as far as student achievement we're really looking at our tier three students primarily supporting them and then seeking out sending those lists to our teachers seeking additional feedback from them and which other students that we would want to make sure that they have the opportunity to participate in that program. We're excited also we're going to have to take any of Nancy's but we're the elementary school is going to be buzzing so if you're looking for students but it's going to be K through eight partnering with Marion for that general education summer school program and then our extended school year program will also be elementary school so it's going to be hopping over there. American Heart Association was done today. We had the final prizes
that were delivered based off of the students and their raising their money. We were pretty close to having $10,000 overall after all things are said and done. So some of that is a little bit of a kickback for the physical education program. So Mrs. Yarrow and Mr. Fisher were excited about that. Really we are already looking ahead to planning next year you know last year we started conversations with the staff around seeking their feedback on things and systems that have worked well this year and then we're going to develop things that we can do this summer in anticipation of next year but we are excited for the spring and I am excited for finishing out my first year with some weather that is not great and cold even though we got a little snow this
week we are hopefully past that because I put all of my winter hats away until the warmer weather. That's it. Mr. Breslin from the middle school and from the other Good evening everyone. So again as part of our essential objectives and our culture of caring you know as much as we had spring break it was an early spring break and we have a long stretch ahead of us and so the year is not done and one of our BPT objectives within the culture of caring is to increase classroom time students being in the classroom and maximizing as much time as they can possibly be in the classroom. And to support teachers, we made a commitment at the middle school to provide professional development. So, the beloved Mr. Rocco, uh next Wednesday during our forum, we're
going to have some teachers uh pulled out and work and have to a professional development on classroom management strategies. Those strategies which will help you um keep students in the classroom. How do you manage the tier one level? How do you like again the different strategies you can do to keep kids engaged in your classroom and keep them moving forward? Because again, it is our commitment to have students as much as possible within our classroom. So, that is our um again, our culture of caring. And once again, we are also uh at the middle school very much are in the throes of planning. Uh I meet with uh both Ms. Roddy and uh Mrs. Miller quite a bit about moving forward with scheduling and what that's going to look like. So, while you're while your
year is not done, we are already thinking about next year as well. So, thank you. Thank you very much. And from high school, Dr. Thayer. So, happy to share that we had five applicants for our retiring uh position at um the learning environment high school that went through last month. Um today two candidates engaged in the second and third round for that position. So, we are excited to uh hopefully move on uh with one of those candidates. Um we next week the staff is meeting with a representative from securely, which is a digital pass system that we're looking to uh utilize. We're going to engage in an 8-week trial uh that will carry us through region's week. Um and then we'll get feedback from the staff and students on uh how well they like that.
We are also going to be um engaging again in our distance learning courses through FLCC. Their new schedule just came out and it looks like we may be able able to offer additional classes than we had this year to our students. So, just expanding some electives and uh opportunities for students to earn credits, as well as possibly utilizing one of our teachers to offer um some business classes to other districts in the area. Uh we sent our spring climate survey as part of our BPT plan to our staff today. Uh tonight on the agenda we have a Lifetime Fitness course, so that'll be an opportunity for us to expand some of our PB offerings on more targeted offerings to students. And finally, I'm happy to share that we have had an ongoing April Fools' joke
for about a month going on at the school and no one's figured it out yet. So Chelsea and I are just thriving up there. Any more Let's keep going until people will notice it. So You know, it's part of your She doesn't even know. The joke's been played on her already. SHE DOESN'T EVEN KNOW. I'LL LET YOU KNOW. UH SO FAR THERE ARE TWO students and uh two staff. They won. They know. Yeah. They're all sworn to secrecy until they figure it out. So When will they know? We'll see if they figure it out. You know, when we feel like a lot of people have figured it out, we'll come. It sounds like Laura. No, it sounds like Laura. Don't fall for it. Maybe it's not really a It's not really a It's a psychological
warfare. I'm trying I'm trying to think every parent probably has one in your building and they've actually shown up. Is that one of those things It's like psychological warfare. It's start cultural fair. That is fabulous, actually. Uh and I don't know. I just had to comment. I hope our business official is very excited because that business learning course that you're going to offer here at the high school will generate revenue for the district. So that's certainly part of the reciprocity of us thinking about offering our students more electives will be that potentially we can offer seats to other districts and that's revenue source for us. Uh I'm sorry. I was going to say Dr. and you're not. Brian, our athletic director. I'm so dis- I'm so like about the joke now. Um, I would like
to highlight our student athletes and coaches just with their flexibility and families as well and I bring this room. Um, just the flexibility with the weather and Mike, we're down a gym. We have 11 teams sharing two gyms and uh, the elementary school and the middle school opening the doors to um, our athletes uh, through 3:30 to 9:00 at night it feels like. Um, so I have heard zero complaints from from any family members, which is great. Um, I think our coaches are doing a great job communicating with with families and they understand the predicament we're in and um, student athletes are are doing well as well. So, I appreciate the uh, acknowledgement on the weather. Mr. Dressler, um, yesterday we got to cancel the track meet last minute, which is very challenging with six
different schools, but again our coaches and athletes took it um, took great and had a great uh, showing today for senior night and track meet. So, Any updates specific to football? Um, just just waiting on some documents to be looked at and then we can share them to uh, with Bishop Kearney and go from there. So, that's still in both stadiums, which is really exciting. Thank you for your work on that, Mr. Raco. Yep. From the office of pupil personnel services, Nancy Noller. Um, so we are in full annual review season. Um, my meetings back-to-back most every day. Um, and really to touch on student achievement, it's really annual reviews are really time to celebrate student growth and how they're reaching their IEP goals and making plans for next year. I think a unique part
of my position is I was at the high school annual reviews. I was a teacher once upon a time. So, it's been really fun to go see the growth that they made and some graduation plans that have been made, um, which is su- super exciting. Um, I'm still conducting my needs assessment, we're getting down to the very end of it. Um, I have a laundry list of things I want to work on this summer, some plans to just make some processes and procedures a little more clear. Um, I've been able to get into some classrooms, really put names and faces and see really how some of our special classes and our consultant teaching is looking in action and it's been really great this time of year super busy to so see them all making growth
and academic gains and doing all of the things. It's been really great to see. Thank you very much, Amy. Uh, from the office of I'm sorry, coordinator of instruction innovation and inter- intervention. We're going to probably make a recommendation for changing your title. I'm just letting you know it's coming. I think I actually sent the resolution to Calvin today. But for today, the coordinator of instruction in- innovation and intervention. Um, so we have, uh, as part of our work, we referenced the course overviews earlier. Uh, the course overviews were forward-facing documents for parents to and students to see in terms of what the instruction look like. We also are work- working on our scope and sequences, which are the behind-the-scenes documents for our teachers. So, our scope and sequences, and this year the teachers have
started the process of identifying what a tier one exemplar classroom looks like in their content area. So, the point of me bringing this up is today I sat in a session at BOCES. It was a, uh, read like a scientist um, and it's really focused on content area reading in all of our in all specifics. So, there's a read like a scientist, read like a historian, read like a mathematician. Um, we are going to be working with BOCES next year and bringing that PD into directly into our district through our early release PD days. So, while our elementary school is really focusing on the science of reading, getting the words off of the page, our secondary or our really it really starts in grade kindergarten up will be focusing on how How I make meaning
out of the words that I've now pulled out of the page? And so, and really specifically in the content area, um you don't get better at content area reading unless you actually get the opportunity to practice it. So, that's going to be one of, you know, a piece for us moving forward next year. Thank you very much. And from the business office, the business official hasn't been busy at all this time of the year. Uh a week or two ago, uh Superintendent Eashoo and I attended a meeting put on by RG&E and I said, um they were um wanting to discuss um rising utility costs and um the capacity limitations on on the electrical grid. Uh the one thing they pointed out about the utility costs is that wasn't due to a delivery rate change
as that hadn't been updated since May of 2025. It was all related to supply and demand um cuz we had that really, really cold spell that affected a majority of the country. Um another thing that they talked about was the capacity limitations um and a large majority of our area is at capacity. Um they said that it's really going to hinder the ability um you know, to make new connections, housing, or even um economic development. Uh they are trying to address the challenges. They're they're trying to do a $6.2 billion Power NY investment plan um which includes $5.1 billion specifically for electric capital to modernize the grid and increase capacity. Um also, I wanted to give an update today. Um we spent the whole day um doing interviews for facility director. Um and we were
able to identify a few um candidates to move on to the final round, um, which would be with, uh, Superintendent Ashton. And then I will also do, um, a building tour of one of our buildings, um, with the finalists. So, we're hopefully positioned to make a recommendation by April 22nd. Great work. Thank you. Any questions for the other administrative team members? Okay, then I'm going to get started. Uh, and hold on. Uh, first I just want to give a quick update on the state budget. So, the state budget was actually due, uh, March 31st, and as you may or may not be aware, they didn't make the deadline. And so, once again, uh, while we are still required to present budget updates to you, uh, we don't actually have, uh, a formalized state budget. Uh,
both houses of the legislature did return to Albany, uh, yesterday, and they passed what's called a budget extender. And so, all we know right now is that they have extended their budget deadline up until April 14th. Uh, not overly encouraging for us. Uh, there's talk that potentially they may not even reach consensus by April 14th. Uh, we are very well aware right now, we do work with the legislative advocacy group that the things that are holding up public, or holding up budget discussions are policy related. And there's four primary areas they're talking about climate leadership and community protection act. That is really important and why I'm bringing to your attention is those are those other mandates specific to environmental conservation and go green. And they are having conversations about that, but that is exempting the
conversation specific to EV busing. So, while they are talking about pulling back on some of the, uh, regulation and mandates specific to what they were going to do with housing, uh, mandates, uh, appliance updates, uh, that is not applying to the, uh, EV bus mandate. Uh, there's a couple things, just if you're interested, state car insurance framework, accelerating housing development, and the relationship with ICE. So, those are the policy, uh, conversations that are holding up, uh, having a finalized budget from New York State in Albany right now. Uh, on behalf of uh superintendents from across the state, uh we are advocating uh vigorously around a timely budget. Again, the reality is we have to present and push out to go to our uh voters in the very near future, and we don't have any extension
of deadlines. The reality is we have to present a budget in the very near future. You're going to be adopting a budget on April 22nd, whether we have a state budget finalized or not. You're saying we can't vote and move it on like that? Let me check with legal on that, but I think not. There's no budget extenders for us. Uh and they did reference the EV bus mandate. Uh this is really an important one. I just mentioned it briefly, but both the Assembly and Senate are talking about the EV mandate, but instead of talking about uh pulling back or extending out pushing out, what they are talking about is additional funding support. So, while we are appreciative as a CSO group uh across the state around the potential for additional funding for the EV
mandate, the reality is we still have significant concerns. Uh it really is important to be backing on what Penny just shared with you. We did have the opportunity to attend a local community leaders meeting uh in Sodus, where they assembled leaders from across the western Wayne side of of our county, and they were very transparent specific to and I'm glad you touched on it, capacity issues. The reality is they had a slide presented that demonstrated what the capacity was for electric in our county, and it was saturated. Meaning, there is not the great capacity for us to move forward. And so, that does present a level of frustration because again, they're talking about potentially fit feeding us more aid to allow for us to purchase buses, and yet they're not addressing the larger issue, which
is the infrastructure issue. Also frustrating just because uh we are very well aware that the electric buses are more some in some cases three times the cost of the buses that we're putting out to our voters this year to authorize for us to purchase for '26-'27, uh spanning upward up to half almost half a million dollars per bus. So, that is a significant hardship for districts like us and like many others across the state. In in an advocacy effort, both NYSSBA, NYSCOSS, so that is the Council of Superintendents, NYSBBA, that would be your organization, ASBO, that's business officials. We are all clamoring to and writing to Albany and just talking about our frustration, trying to organize amongst our organizations, saying this is really a problem and it's a hardship for districts. We do not know
how we will be able to comply with what is regulation. And again, right now, all things said, as of next year, without the 2-year extension, we would not be permitted to purchase any additional diesel fuel buses. We would have to be purchasing electric buses. As I shared with you, Penny and I will be Penny and Vicky and I will be working to apply for the exemption or waiver to extend that for 2 years. We believe we're well positioned to be granted the waiver because we are taking the necessary steps. We've conducted not one, but actually two transportation studies. Uh shifting from that area, I just want to bring to your attention at our last policy committee meeting, we did talk about seven or eight different policies that we know we're positioned for first read. We're
going to get those to you on April 22nd. Those are required policies, and so while they were not on tonight's agenda, we're going to make sure we get them on for 4/22. And those Well, some of them were 8,000 policies, we want to make sure we have them because they are required by regulation. Uh speaking of elections, uh ex officio, just I did report at the last Board of Education meeting that we had a process in place. I want to thank Dr. Snyder and Ronan who was integral to the conversations. And so, we are well positioned, meaning an initial email went out to all of our juniors on March 24th, inviting them to consider the role of ex officio. Ronan told me today he's going to present on it during a forum this Friday, which
is exciting. And then, next steps would be interested folks have to let me know know, May 6th. They'll meet with Ronan, and myself and Dr. Snyder on May 12th if they're interested. And then on May 15th, they'll present speeches to the student body at the high school. On May 19th, every single student at the high school will have the opportunity to vote on the next ex-officio Board of Education member. So, I want to thank Ronan and Dr. Snyder for their participation in that. Couple personnel updates. Dr. Snyder touched on it. Very exciting time of year for the number of vacancies that we currently have. We have some special education science that candidates are They have been amazing. So, I was very excited. One of the most rewarding parts of my job is being able to
interview at the finalist level of potential new teachers. And today, Dr. Snyder and his team sent me two outstanding science candidates. And so, I could not be more excited about debriefing with him. We didn't have an opportunity to circle back today. Uh but about it's potentially of making an offer of employment to one of the candidates that he sent forward today. And I hear very promising things about a couple of our candidates that we have for special education. So, that's very exciting. Also then in the area of personnel, we are midstream in negotiations. WBA is negotiating their contract this year. We have had two of four scheduled meetings thus far. We're spending the whole day tomorrow in negotiations. And we're hopeful to bring the board a contract and the hope would be in in May.
Uh similarly, uh each of our administrators, supervisors, and confidential staff, they currently have 1-year contracts which requires a form of negotiations with the superintendent. So, we've initiated and launched those conversations. Similarly, it would be my hope to bring you information during executive session at the 422 and 56 meeting so that we can have those agreements updated hopefully for board approval on May 6th. District safety brief update. Very excited about the work of the district safety team. We're midstream in doing emergency response plan updates. That is required by regulation. And so, working through that. I'll be bringing the uh draft document back to the district safety team in May. Uh similarly, our building principals are hosting building safety teams, which are also required by regulation, and they'll be bringing forward revised building safety plans forward. And
then new, as recently as today, uh we had an outreach from Wayne County Emergency Management, and they are required by regulation on a rotating basis to meet with differing agencies in the county, and this year it's school districts. And so they are required to meet and provide training to all school districts. And so we are required to participate in a training, which will happen on April 27th. The entirety of the administrative team, our school nurses, our SRO, and a designee from facilities will participate in the training to make sure, in the event of a radiological emergency, we are positioned to uh exactly annex as uh necessary. Couple other quick updates, uh thinking about our priorities and fiscal responsibility, pathways to sustainability and growth for Williamson. At the last board meeting, I shared with you that
Penny and I had met with our financial advisors to explore the possibility of potentially closing a building, and what impact that would have on our district. And ultimately, what we found out was that would have a negative impact on our community because it would force a greater share of the local levy onto our taxpayers. And so we are certainly not pursuing that right now as a pathway. Uh at the last meeting, I did share with you that we were going to also then pursue the potential of leasing some space. And so I'm very proud to share with you uh that uh Penny, Nancy, Karen, and I met with the assistant superintendent for programming, as well as the CTE director from BOCES, the Wayne-Finger Lakes BOCES, because they are an approved educational uh program that we
believe New York State Ed would approve if we entered into a partnership. And while initially I thought they might be interested in housing with special education programming at Williamson. What I quickly found out was they have a greater need to expand programming at WTCC. As you know, a number of our juniors and seniors participate in programming at WTCC. In fact, there are many programs there that are wait-listed, high-demand, high-interest programs that they had to waitlist students from across the region. And so, what they're talking about doing is potentially partnering with Williamson to allow for for them to move some programming that might make sense here to allow for them to expand the programs that are of high interest at WTCC. So, we are very much in an initial stages, but I have to tell you
I felt very excited after the meeting. I think there is great promise. The other positive about our location for WTCC is we are right down the road. So, all of the necessary programming supports and services, whether it be principal, counselor, social worker, a nursing nurse, others, literally would be the responsibility of BOCES. Obviously, if there was a critical situation, you know, if when it was house at the middle school gate or Brian might have to jump in, but they could have somebody here in in minutes, right, to help them to provide supports. But, the largest thing that's exciting is BOCES in Wayne-Finger Lakes and many across state have not had what are called mid-year programs. And as a former high school principal, what we know about some students is our model of instruction doesn't fit
all students. And so, there's been this gap at the ninth-tenth grade level. And so, what they're very excited about is our proximity to WTCC and futuring out saying, "This might be a great opportunity for us to expand programming in general for BOCES and create those mid-year programs 9-10." Beyond that, then they also said, "And then if we can build that, then potentially we could even look at some CTE opportunities for middle school students." So, this is something I see being a very promising partnership. In fact, they didn't say, "Hey, we'll get back in touch with you." They said, "Let's put a meeting on the calendar." So, our team will be meeting again beginning of May to continue those conversations. What I don't have is information specific to the leases, logistics, uh, what it might mean
as a revenue source. I imagine if we start small, it's not going to be a huge significant revenue source for Williamson, but if you're you were listening to how potentially this could expand, this could be a great viable opportunity for Williamson. So, feeling very excited about that as a potential pathway. Any questions about that? I just a couple other updates, but I want to make sure I give that its due diligence. No. Uh, coming soon next week, uh, the the small group of Western Wayne County superintendents, we are scheduled to meet with a consultant next week, Mike Ford, and we will begin conversations about potential shared programming across our section of Wayne County. Again, looking at enhancing our opportunities for students, thinking about how we might be able to share courses or pathways, uh, and
then also looking at the larger picture, sustainability for small rural school districts. So, that the first meeting is April 17th, so I'll be out of district, uh, for a half day and doing that. The last, uh, one I want to bring to the board's attention and the community's attention is another possible pathway, uh, that was brought to my attention and grateful for Penny's role. Uh, she sat through a meeting with me with, uh, a group called Energea, and they offer what are called energy performance contract work. And so, there's the possibility that Williamson could explore an energy audit where they would come in and do the audit for us and identify potential potential cost savings for us, and then also find means for us to actually get the work done. The cost savings of the
energy more efficient, um, whether it's roofs, it could be boilers, it could be lighting, actually pays for it. So, it's a way of actually having the energy savings pay for work to be done in the district. Why this is appealing to myself and I think I don't want to speak for Penny, but for the business official is as you know uh, thinking about the building condition survey, we're sitting up on about a hundred million dollars worth of deficient areas and so this might be a means by which for us to accelerate the pace with which we're able to get to those things. As you know the 25 project, we have about 19 million dollars in work that's going to get done in this project. Already thinking in three years got to build for the next
project. This would be a way to accelerate some of the work. Again, don't know where this will go, but just wanted you to have an awareness. Just so you know this would not require voter authorization. It would require Board of Education resolution to move forward with such a project. And then lastly topic Capital improvement. Facilities. Always on to facilities. I appreciate you mentioning the gymnasium floor. We are very excited. They did arrive on time. I'm hopeful and optimistic that they're going to complete it in the three weeks that they said. To to be determined. The only real update I have on facilities is that for the 2025 project, user groups have been established for all facets of the scope of work for the capital improvement project. So for instance, we're going to do some work
in the 25 project around the band and chorus room at the high school. And so I've invited Patrick Tyler and Charles Charlie Smith as well as building principals to come in and meet with myself, the architect, engineers, Penny, and so that they can have voice in what that will look like when we execute the project. So that's true for all facets. If I think about the asset preservation piece, that's called mechanical electrical and plumbing, will be our facilities department. Penny and I meeting with the architects and engineers. So we have meetings now scheduled from April 17th all the way into June. Not every day obviously, but spanning that time period and so my hope is that we will be able to provide an update to the board as promised by them in July to you
with an update around design. And that concludes my report for this evening. Thank you. Thank you. Um district committee reports. We had policy committee meeting with on March 23rd and technology on March 22nd. I was at the tech committee. Um I thought it was great. Kudos to Michaela and her team. Um they're reducing copier and printers in the schools. Um uh they were Toshiba has a great way of telling how many copies are made when and where and so they were able to get rid of some of those save us some funding and they also did a digital content survey where they looked at all the software that we purchased and found that there were some that was weren't used very often. Um and so instead of buying one for the whole district, they might
buy just single use ones, so that will save money in the long run, too. You just made me so happy. Those are I mean those are really good things. Okay. Thank you. Um district events. We had all county on March 20th and 21st. Uh the music in our schools concert on the 24th, the winter athletic celebration on the 25th. Uh there was a concert makeup scheduled on the 26th, but it wasn't needed. And spring recess March 30th to April 3rd. Um four county school boards and rural schools association. I mean Okay. Um PTSA. She said there was no updates today. >> Okay. Um board group reports. I need a motion to approve the CCS D key signs. So moved. Okay. I need a second. All in favor? Aye. Opposed? Passes 4-0. Winter sports report. I
feel like I've spoken or brought up the winter achievements of our athletic teams this this year quite a bit. So, we just had our um winter sports awards tonight that I thought went very well. Um about briefly I'm going to go through each team. So, first we have our boys basketball team which did very well. Um they went 11 and 11. Um they hosted a sectional game. Um I think a lot of us were in attendance. The gym was packed. Uh we beat Holly and then we lost in the second round against uh ER. Um in our end of the year report with uh coach Jason Sammel, he he mentioned how he wanted to get down to the modified level a lot more. Um I was happy to share with him that the hopefully the
inclusion of the program assistant can help out with that um that communication piece for next year. Um individual honors, Ben Also Capra was second team all-county. Nate Forster second team all-county. Nick was also a dual sport athlete which um I think we all know in here that I made it pretty difficult We made it pretty difficult for our student athletes to do this. So, notable for Nate for doing that, holding a 90 GPA and um meeting all requirements. Um their schedule here, they started off hot, lost two, and then went into a little uh dip there, but and like I said, ended 11 and 11, not 8 and 14. That is a mistake down there at the bottom. Girls varsity basketball team did very well um as well. So, they went 15 and seven. Um
we do combine with Marion uh for our girls basketball team. Um this is a good merger that we are going to continue looking for next year as well. Um if we don't have Marion, we would not be able to um this past year have a varsity basketball team and truth would be safer next year as well. Um so we're looking to con- continue that merger for next year. Um individual honors, uh L Alexander was first team all county and Georgie Alexander was second team all county and defensive player of the year. I don't know how you are defensive player of the year for Wayne County and don't make first team, but um congrats to Georgie, that's very impressive to be the defensive player of the year. Um another I know uh coach Brennan was very
and and coach Campbell very uh they love their record, yes, 15 and 7, but the sportsmanship award for the third straight year for Wayne County that is they hold that up right now. So there's their schedule. They started off again hot as well um and they had a little dip in the end of the season, but um congrats to the girls on a great season. Awards, I got third third place uh in the league. Alexander again first team and then Georgie second team defensive player of the year. Our indoor track, I could spend probably 20 minutes going through individual awards here. You'll see them all in a little bit. Um some notable achievements, I put them there at the top. So Wayne Finger Lakes girls division two champs for the fifth straight season. Uh Wayne
Finger Lakes girls league champs for the third straight season. Girls section five class B3 champs, fifth consecutive, first team ever to do this in Williamson. And boys section five section five class B3 sectional champs. Um some spotlights, obviously Anna Governor. You can see all of her achievements there on the left. There's quite a bit. Um she Anna is also and I permission to share, she's the Primetime 585 small school girls Athlete of the year for the winter sports season, which is pretty tremendous. Um individual achievements, Ben Burns, Section 5 champ, state qualifier in the 600 and 4 by 400. Lauren Schmelz, first team all-league, Channel 10 Scholar Athlete. That was pretty cool. Channel 10 came down to the track and Coach Alexander and Coach Clement did a great job of of having the girls then
interview her and get on and then it was just pretty pretty cool. Madison Storm, Section 5 champ, high jump, first team all-league. Hayden Wing, Section 5 champ, pole vault, school record. Kelly Lawson Ring, Section 5 champ, 4 by 400, 4 by 200 and state meet. And Cohen Burlingame, second at state meet, Section 5 in the 4 by 200. I'm not going to go through and read these word by word, but you can see just the names and all of the honors up there. That's very, very impressive and I take tremendous pride that we have such great athletes and coaches here in Williamson. Take a let's look at those. And another what I was sharing with uh Ms. Taylor, um this is not just a senior heavy honors here. There's senior all the way down to
freshman names on this list. Um I feel like this slide should be at the very end so I'll skip that and come back. Wrestling, um I had a chill I had a difficult time getting a hold of um our coach Wyatt DeMarie just on the the uh individual meets and wins and losses. Wrestling's a little bit different, kind of like track when there's individual um contests and I'm trying to get hold of that information so I can update this when I get that from him. Um just some notable things for wrestling though, we had um I know we merge with Soduson in Marion, but our uh one of our boys on the team from Marion was um won state, which is the first time ever in program history in Williamson and over in Marion. Um
and that was uh Cooling's last name. It's Cooling's first name. Cooling's first name is Zach. Zach, yes. Zach Zach Cooling. Thank you. But going back, season at a glance, uh pretty impressive again. Uh we had a tremendous fall season. Boys basketball um hosting a home sectional game, we haven't done that in a long time, and then winning. Girls basketball the same. Um fifth straight year that we're having tremendous success for girls indoor track and uh boys indoor track, and then wrestling we're we're starting to get over that hump of um now competing at a higher level. Any questions on the winter season? Like I said, I feel like I've been talking about it now for months. And the winter sports awards was a good idea early. Good evening, I'm glad we went to that venue
of after each season. I have heard nothing but positive about that change. Good. To to doing it after each season. It's allowed us to highlight the kids in a timely fashion, and also giving JV coaches and varsity coaches more time to talk where they're not feeling pressured to speed through the the evening. Yes. Thank you. Okay, next up we have budget presentation. Good evening. Welcome to the budget presentation. This is actually budget iteration number four. I will not read the agenda, but we will go through several things this evening together. And so briefly just setting the stage, Uh we do have an abbreviated version this evening. We've taken you through a couple times the more specific data around enrollment, student programming, student achievement, uh other considerations that are factored in, budget development. But really probably
the most important concept is that when you're developing a school budget, it really is the mathematical expression of the vision, mission, and your priorities as a board. And so, the hope is that we will when we present the budget to you that you see the essential objectives that you have identified reflected in budget development. And again, just for our uh audience's sake, the vision and mission of our district. And with that this evening, whoops, I'm sorry, I forgot I left this one in. The essential objectives, again, when we think about prioritizing, uh again, when you start with a $1.5 million gap between revenues and expenditures, you have to have courageous conversations and deliberate around and have uh deliberation around some tough decisions that have to be made. Uh I It is with confidence that I
sit I think that assembling the administrative team all of our conversations anchored into exactly what you've identified as the essential objectives, meaning you can't compromise the work that we're doing around student achievement, culture of caring, community connections, and fiscal responsibility. And so then, I'm going to pass it to Penny, who's going to take you through both the revenues and expenditure side of the budget. And she's very excited cuz her her video is due to be released very soon. I Like she's going to go home It's been a very big week for Penny. Um as I've uh talked about in previous presentations, um I'm going to start out with the uh tax levy limit calculation. Uh this is the calculation if you ever want to try it out at home and see and see what you
come up with. That's what I like to do. Um but here's the actual calculation. Uh it starts out with uh it would be what would be the 25 26 uh levy amount. Uh it takes into account the tax base growth factor, prior year and current year pilot payments as well as an inflation factor. You are able to also adjust for exclusions. This year we do not have any exclusions. Our 26 27 tax levy limit is going to be $12,869,261. Would it be too soon to say you could probably run that through AI, Francis? Yeah. Yeah, that's too soon. >> can make her video with AI. Here we go. Can I have an AI figure too? Why yes, I bet you could. You're becoming such a star. If uh the the district is going out to
the tax cap or below. Um in order for the budget to pass, we need a 50% approval rating plus one vote. Um which we are going out at the cap. We're not going to exceed it. If we were to exceed it, um the approval must be 60%, which is a super majority. The tax levy increase for the year would be $320,616, which is a 2.55% increase over the prior year. Uh this slide here shows uh the executive aid run uh which was released earlier this um year. And then uh what the district is projecting for 26 27. You will notice that there is a variance, um and that is typically due because some of these are expense-based aids, like the BOCES aid, building aid, uh and transportation aid. Not building aid, it's not expense-based, sorry.
Um the BOCES aid and the transportation aid are expense-based aids, so um in order to get what they're projecting, you'd have to spend every single dollar of what is budgeted, and we don't know if we are going to do that yet this year. Um the building aid, we worked with our municipal advisors and um the actual amount that we should project for this year, and it came in slightly under what the executive budget was. This year, we're expected to receive a 1% increase in foundation aid over 25-26. That amounts to $94,866. The foundation aid is subject to change pending the release of the New York State budget, which we do not know if we will have in time for the uh for the budget approval from the board. Um there is a possibility we could
get uh an extra 1%, but that is not um that's not definite. Our state aid increase overall for the year is projected to be $394,033, which is a 2.61% increase. There are other types of revenue. Uh there's local revenues and uh payment in lieu of taxes. The payment in lieu of taxes is expected to go up about $40,000, and that is due to the PILOT agreement itself. It has reached a new phase of the agreement. This slide here shows a lot of the categories we just talked about, but it also works in the fund the appropriated fund balance that we're expecting to use uh this year we are expecting to use $220,966 in appropriated fund balance and $590,000 in appropriated reserves. And those two items are used to help balance the budget. The pie chart
really gives you a good idea of where our biggest revenue sources come from and as you can see it's the state aid and property taxes. They make up approximately 94% of our total revenues. Some of the expenditure drivers this year are health care increases. Um as we've previously talked about there um our health care costs are going up about $700,000 uh this year. There is contractual obligations which are a lot of salary increases um that are under our uh union contracts. And inflation is over 2% this year. And just thinking about budget enhancements so in the 26-27 budget uh in most cases it is business as usual meaning we don't see a lot of shifts. However, uh our director of PPS did successfully advocate for an increase in special education programming supports. While we originally
thought we were going to have a 1.0 FTE add we now actually believe it's going to be a 0.5 FTE add and we believe that's going to be cost neutral uh reallocating existing staff. Uh we also are going to be moving forward with a new universal screener. That's the i-Ready data that you've been looking at the last several years. Uh Karen's working with teachers and she's uh, positioning to actually replace uh, I-Ready with a new program and she'll be presenting on that not tonight, uh, but at a later date. That actually is cost neutral because we're simply going to replace the expense of I-Ready with the new screener. Uh, we are also looking at uh, professional development. Karen mentioned in her previous report that we're going to be partnering with BOCES uh, in meaningful and
deliberate ways to have them come provide us support with the heavy lift of some of the work we're doing, reading literacy, uh, portrait of a graduate with CTE. Um, and that also is going to be cost neutral because we're basically just reallocating funds. We're saying, "Are we going to continue this practice? No." That will allow for us to do this a little bit differently. A couple of things uh, that are potentially new is we are going to have to pay for access points. Uh, I couldn't give you a technical explanation exactly what that is, but uh, Michaela and her technology department came forward and said that we are at a point where we have to take care of the access points and that's a new money uh, in '26-'27. And then new money uh, in
'26-'27 something that Dr. Schneider touched on just uh, brief uh, just recently was the securely pass system and that's a digitized pass system that he's going to actually uses uh, building budget and again cost neutral because he's saying, "I'm going to reduce in a way so that I can pay for this at the building level." Uh, thinking about on the operational side of things, uh, this is really where the only change in the slides is uh, originally I've been presenting to you that we anticipated allocating additional funds for our head bus driver at the transportation department. Uh, we recently had a resignation for purpose of retirement at the transportation department and because of that we spent a lot of time with the director, Penny and I talking about what the needs of the department are
and ultimately landed on that it would make more sense for us to instead of backfilling a clerk position to a bus dispatcher position. And so we're withdrawing a shift to more money attached to the head bus driver and we're going to allocate the additional monies uh, directed at the uh, dispatch position and we're really excited about that. We worked with civil service and the the position through civil service completely aligns with what the express needs at the transportation department are. Other than that, the two additional items do not reflect any change. Again, we want to always engage in a capital outlay each year. It is new money each year. That is a revenue generator, so it allows for us to do capital work and get our building a great back a great back on that.
And then of course we also want to attend to fleet replacement to make sure we have safe buses to get our students back and forth to school. And so those are the purchases that we anticipate making with this year's next year's budget. Again, no changes to the budget reductions. And again, we are very fortunate in Williamson. We were able to achieve a balanced budget without actually having to take any reductions, which would be people losing jobs. We were very thoughtful as each retirement came in. We had courageous conversations and made those difficult decisions about which ones we would have to backfill and which ones we would not. And so what you see is that we have some instructional where we're taking a full reduction. We're not going to replace a 1.0 FTE reading teacher, a
middle school TA, and we're not going to offer French programming in the future. For the students who are here with French, we're going to make sure our commitment to we still give you French to finish out the programming. We're going to take it out, we're just not going to start any kids in the program. And then breakage through attrition, what that just means is often times when you have a retirement, the exiting individual the replacement cost is somewhat less. Not as much as one might think, but we are going to backfill the positions that you see on the screen. And then additional budget reductions on the operational side, we are not going to backfill a 1.0 FTE speech teacher. Nancy's worked closely with her department to say we are still going to be able to
provide the mandated services specific to peach speech, not peach, speech. We are however going to have to reduce the amount of what we call building uh level speech supports that we've been able to offer in the past. And that's unfortunate, uh but again looking at our budget situation, uh this is a way of taking a reduction through attrition. Uh we have two FTEs uh up at the top four that are cleaners, and then we also have uh we recently and the board will be accepting uh on the 22nd to the uh retirement I'm sorry, resignation of a monitor, and we're not going to backfill that position as well. And with that, I'm going to pass back off to Penny who's going to take you through the three-part budget uh of expenditures. This pie chart here
shows um a lot of what I'm going to show you in the next few slides about what is our budget is made up of. Um instruction makes up almost half of our expense budget, and then employee uh benefits make up just over 25% of our expense budget. The administrative component of the budget is going to go up 1.16% A large amount of that is benefits, as we talked about earlier in the presentation. Uh benefits are major cost driver uh in in our overall budget increase for 2026-2027. The instructional uh program component of the budget is going to go up 2.38%. Uh you can see that a large component again is the benefit increase. And we also had a larger increase in um programs for students with disabilities. The capital component is minimally going up. Um
it's only going up .02%, and a lot of that is offset by our debt payments being reduced um next year just by a small amount. Overall, the expenditure budget is um I'm sorry, the budget is going up a little over $1 million. It's a 3.16% increase or 3.56% increase, sorry. And quiz question, how much of that was related to health care? 90-something percent. Tell him, right? Yeah. Oops. Okay. Oh, okay. Um so, how did we close the gap? Uh through attrition, breakage, um looked at a lot of efficiencies, and we also right-sized some budget lines to put them more in line to where they should be to our actual expenses. We used 590,000 in appropriated reserves, and then we used 220,966 dollars in appropriated fund balance. Now, with using the appropriated reserves, the appropriated fund
balance, our revenue and our expenditure side is in balance, and we have uh the gap has been eliminated. Um we Just a moment. The only thing if you could go back one slide. I just want to two slides, I'm sorry. Thank you. I just want to make sure the board is aware if they end up balancing the New York State budget, and if we get the additional 1% in foundation aid, then obviously that would reduce the amount you see in the fund balance column, so we would um deduct It's I'm rounding, but it's about $95,000. So, we would deduct $95,000 about $95,000 from the column where it says fund balance and obviously insert that back into aid. If we do not have a balanced budget, this is actually how we're going to be presenting the
budget to you next week for for approval. Thank you. We are also um proposing to do another capital outlay project. Capital outlay projects are for $100,000 and what that allows us to do is do a project for up to $100,000 and gain uh building aid back. And we get about 84.9% building aid on that money. If we did not go this route, that $100,000 would be strictly taken out of our expense budget and we would get no aid on that. We are looking to replace more doors in the high school. Uh it's just to help with any safety concerns or any other issues with the doors to make sure they close properly. As we previously talked about earlier in the presentation, uh we do plan on buying two 28-passenger gas fuel buses and three 64-passenger
diesel fuel buses. This um slide here just shows you how much a bus after we get all of our aid after any trade-in um and uh maintenance costs for a year, the how much the bus would actually end up costing us. So, when we purchase the bus, it's approximately $180,000. We get 81.3% back in aid over 5 years. So, at that point, the bus is costing us $33,757. At that point, we can expect to have because we keep our bus an extra year by the time we get our replacement plan in place and the proposition goes out, we can expect to pay almost $3,000 in maintenance and then we get the trade-in applied to it. So, the bus would actually cost about just under $22,000. Any questions for Penny? So, the vote is May 19th
coming up very soon. We actually have four propositions. This slide represents the first three. So, the first three would be specific to and I'm not going to read the slide, but obviously the actual budget amount. We have to have a proposition for the board and you have approved and allowed for us to actually establish a new capital reserve because we have maxed out the current capital reserve that we have right now. So, we have to have voter authorization to initiate a new one. We also have the proposition for the EMS. Capital processes. Processes. I I ran out of words and then I got confused. And then the fourth proposition is new and we have provided communication to my communication specific to the library. So, the public library, they are looking to increase the amount that
we have been levying on their behalf. We actually almost serve as a pass-through. It doesn't cost the taxpayers more or the school budget. It actually just allows for them to have it on our ballot. And so, we do have a fourth proposition. Penny's going to talking with the public library and so this is the actual proposition that our voters will see when they come to vote on May 19th. In addition to the budget vote, we actually also have the annual election. So, on May 19th, we'll be looking to secure candidates for the two seat vacancies that we're going to have. So, we have the expiring term of our board president Angela DeFisher and then we also have the expiring term of Jeff Governor. We're still taking petitions and of course people can turn in petitions
all the way up until April 20th. Kelly Dixon is eagerly awaiting the return of petitions for the annual election. Uh if folks want more information, in addition to receiving uh on April 22nd, we'll run through a very similar presentation with the community before the board is asked to adopt the budget as your budget. At this junction, we're working to develop it for you. And then after April 22nd, when you approve the budget, it becomes your budget. On May 6th, we'll have a budget hearing budget hearing for the community, as well as offer meet the candidate night for those individuals interested in running for our board. And then again, as already stated, on May 19th, we have the annual meeting. Penny is very excited that I captured a picture on this slide. I think it's important
just because we are releasing budget videos. Uh we released uh our first budget video, the three-part budget that went out actually last week on 3/27. Uh and so that's available for the community. We pushed it out via Parent Square, as well as it's posted on the website. Uh Penny was uh recorded this week, and so she her debut is coming very soon, and she went solo on this one. Uh so we'll have that out to the community soon, and that will take the community through our revenues. And then uh shortly thereafter, we're going to be working on the expenditure side and balanced budget that will not only go out Parent Square, but also be posted on the website. As I previously mentioned, uh we will be having a meet the candidate night, as well as
the budget hearing on May 6th. And that concludes our budget presentation for this evening, unless you have any other questions. Just wanted to say I can't wait for the video. Honestly, me neither. >> My whole year is wrapped right around that. I know. Same. I actually called her the next day and I'm like, "Did you smile a lot?" Thank you. All right. Um moving on to the consent agenda. I need a motion to approve consent agenda items I move to 5B through 5H as by the superintendent. So moved. Second. Any discussion? All in favor? Aye. Opposed? Passes 4-0. Uh, next we have old business. Yes. Um, I need a motion to approve the second reading of and adopt the following policies. I'm not going to read them all, but they're there. So moved. This is
my second. I'll change. Oh, I didn't hear it. Oh, you didn't hear it the first time so you just said it again. So moved. Second. Any discussion? All in favor? Aye. Opposed? Passes 4-0. Uh, I need a motion to approve the updated 2025-2026 substitute rates. So moved. Any discussion? This reflects the inclusion of a sub rate for building aid, which is a new approach to trying to make sure we can provide supports in our buildings. It also provides greater clarity for all of the sub specifics uh to the relationship between the daily rate and the hourly rate. There was some confusion, so now the document actually articulates how we identify what the daily rate is relative to the hourly rate. Thank you. All in favor? Aye. Opposed? Passes 4-0. Uh, 2026-2027 Board of Education meeting
calendar and structure. So, Kelly sent us a new set of dates. Yep. I guess it just needs um So, the ones in yellow we highlighted as we would uh move to business meetings. There'd there would no reports on those meetings at all. And we would just do >> Other than budget in the spring? We said that we would eliminate any budget because we were going to have a workshop in March. A work session. >> session. So, there wouldn't be a need for budget presentations in the month of March. Isn't that what we talked about, Bridget? Yes. And then the month of April we would do presentations both meetings. >> Correct. Okay. That's great. >> Because of budget. Due to the budget. I just need some more guidance for the September and the January meetings if
you want them on the 22nd or 30th of September or the 20th or 27th of January. You can't do the 27th of January. Okay. I have my budget. Perfect. Yeah. Do you have a calendar open? Yeah, I was looking at the 20th and the 27th of September and they're on Sundays. Oh, that's right. I think that's what I did. That's what I did. I think that's automatic. The 22nd is a Tuesday. Is it a Tuesday? I don't know why I chose that though. Wait, are you on September right now? Yeah. I I don't have the calendar these days. I meant the 23rd, so it was just a mistype. Oops. So, The 23rd I won't be able to do it. So, you want to go with the 30th? Whatever's best for the group. It's fine. So,
September And obviously we'll vote on these at the regular meeting. So, this was just to give us a heads up. On September 30th, you said? I have something. I have a full trip of graduate training. Is that for us? Is that a school thing or an out-of-school thing? Is that part of the training? And then I handed out the survey results for um moving forward for the presentations for next year. And then Sarah presented additional comments um today. So I guess if we could go through them one by one. Uh in full disclosure, the administrative team is unaware that we were potentially thinking about shifting our model and not doing full reports during Board of Education meetings. So the first item that we asked you about was our building spotlight reports and we asked you
what was your preference. Should we should we think about a one-page written? Should we think about a presentation or is it not needed? The majority, 75% of responders, uh said they would prefer some type of a written report as opposed to having a building spotlight. So that would be in lieu of, just so the team is aware that you would still do your administrative report at the front, but then you wouldn't have to get up and do a presentation. In lieu of that, you would just have a written something. I mean, whatever format. We can talk more about that. So are you comfortable saying our shift next year would be we are eliminating building spotlight reports and they're going to submit something in writing in lieu of presenting. >> See, I was the person who
didn't respond cuz I was confused by the options. So I was thinking more presentation like slideshow, not get up and present type of thing. And does it have to be every every meeting? Cuz I I was thinking >> no, this is they are on the calendar. like this year they were on I think once each. So in lieu of them getting up and presenting, like I can't remember, I feel like Yeah, Katie and Brian presented on your data, I ready data. So in lieu of them getting up and presenting the slide deck, they would still have a slot on the calendar, which I guess we haven't done that part yet, but in lieu of them actually getting up and presenting, they would be providing you a more detailed like one pager, we would be limiting
it to a one pager. So trying not to make it more work than what they're already doing in their presentations, but in lieu of creating a slide deck or maybe do slide deck instead of a one pager, but they would just be presenting it in written format to you rather than having the 10 to 15 minutes during the board meeting. >> So these are the quarterly ones already or yearly? This These are only happening They're only assigned once a year. They're pres- They're presenting that. >> a year. Yeah. The academic achievement res- reports, I'm sorry, they were not even a question. >> even discussable. Like that really shouldn't be. That's fundamental to your role as a board. They shouldn't be presenting you on academic achievement. I wasn't sure if those were the ones we do
in the very beginning of our meeting. So is there anyone uncomfortable with based on the data again, this is I would say, "Okay, well it's clear the board is comfortable moving forward with this model next year. We can pilot and see how you end up liking it and certainly not like we're married to it forever and it's not a board policy. So we can certainly shift practice, but for next year we would say that in lieu of us having the principals present during the board meeting, they would present some type of a written document to you that would be due in the board packet the Friday before your board meeting. Okay. The second one was sports reports. Our athletic director has been asked to report fall, winter, and spring, and so it looks like there's
been consensus that in lieu of you presenting out loud during the meeting, that there would be a one pager and or a slide deck instead, whichever I guess is your preferred format. And again, it would also be due the Friday before the board meeting, it would go over the packet, the board would have the opportunity to ask any questions that they might have specific to the athletic update rather than you having to get up and present. Okay. Is it available to the public? Cool. Yes, that would be great. Did Missouri conflict today? They're listed in public con- public content. I think it's called a public Uh similarly, it looks like the board is interested in shifting our approach to the operational side of things. So I would have Penny communicate that to our food service,
uh transportation, and facilities and let them know that in lieu of them having to attend the meeting, they would provide a written report. Uh I guess I would have to defer to you to say if it would be necessary that they're here on the day that their reports are due with their questions. An approach could be that if there are questions, they just let you come in and she can get the answers for you and you will then have them to make an appearance. Uh I I'd like to see them every once in a while. We don't see them any other time. Unless we're in the building or something. But I I I think there's some value in that. For operations, true. Yeah. I think there's value in having them here to if we have
a question, but I don't think they need to stand up and do a whole 15-minute presentation. I think I was the one that asked for that. >> If we have the presentation, we can look at it ahead of time and ask the questions during that. Okay, so wouldn't it wouldn't I guess foster a situation where they're not reporting? They would still come on the date of their reports and you would just simply ask questions or make comments. Okay, great. So Penny can communicate that to her three supervisors. And then the technology one, you were split. So someone did not vote, the deciding vote, around the same question. Do we want Michaela to come and present or are you comfortable with having some type of a report, a one-pager, that she could then be present to
respond to questions? I'm sorry. I did send this in, but I was very confused by the word presentation meant, and I didn't because I'm new, I guess I wasn't tuned in to how often this is happening. So, I didn't So, I just sent an email about it cuz I was thinking more we're talking frequency cuz I wasn't sure what what this was about. So, the operational >> So, I voted that it would be a presentation, but I was thinking a slide deck, not get up and present. So, if I was the the missing vote, it was I said presentation, but I didn't mean get up. So, I don't know if that And I also didn't know DPO was. I guess if if it's comfortable with the board, I'd rather not tell them it has to
be a presentation or one page or like I think giving them that creative liberty to decide which makes stylistically more sense for them. And so, we could have her It sounds like what you're saying is you're you're interested in having her provide the report {slash} slide deck, and then she doesn't have to get up and present it. >> Yeah, I also wanted to know DPO was. I was guessing. >> It's data protection officer. So, it's a required position in our school to start explaining here today. A lot. Uh so, she's responsible for data security and privacy here. >> Okay. I guess to me I would treat that report the same as the other operations one. I I don't know if there's a reason someone would say you present that over like differently than the other
ones. So, then if Karen, if you want to give just her a heads-up, and of course, we'll formalize that when we create the schedule, but at least you can communicate that so they have an awareness that we're going to shift. So, then the only other thing uh that we asked was were there any other topics or I don't know about Can I just ask a quick question as it relates to just the context of questions? Um when someone comes to answer questions, is there a possibility of just getting the questions beforehand so that they can do research to come present possible answers? I worry about putting somebody like that >> on you and say if we have the presentation ahead of time >> Yeah, so like that's what I said Friday is usually a good
day. >> had a a of them that are like added to the packet the day of the board meeting. So, we don't have it necessarily to look at it and And I'm I'm I don't want somebody to feel overwhelmed that they feel like they have to answer questions if they don't have initial information to be able to answer it or to give an answer that may not be as accurate as possible. >> I don't know that we can make that promise because again, I'm just thinking about how the turnaround for us when I'm giving the board I mean, there's days day of the meeting I'm like, "Hey, we're going to be getting I can tell the board we're adding on this appointment." Okay. Um but what I can make the claim to you is certainly
if you didn't have an answer to a question, you could certainly say, "I'll get back to you after I find an answer for you next week." I think we do that all the time. That's perfectly okay. I don't know why we put people on the It's not a gotcha. There's not a gotcha here. Can people present it if they want to? I mean, sometimes there's a storyline that people want to say something in person and does it have to be like report only? Well, I guess the whole reason we did this was we were talking about shortening meetings. So, if I guess to me, my personal opinion would be if we're going to present, I mean, you joke about it not reading the agenda, but like we don't need the slides read to us. And
it could be if you if the style is yes, I want to still do the slide deck versus a one-page summary, maybe what you do is when the person's here, say, you know, give us the highlights or what you your points of pride in that topic, whatever it is. If it's like the facilities presentation or whatever. And give us the, you know, bird's eye view. Here's what you really want to highlight in Or like main message, right? >> whatever, 30 seconds or less or So, we're really not going to change it then. I guess that really what I think I hear is that you're really not changing the format. It would be they can still do a slide deck. We're just asking them to be briefer. In the presentation. >> if they don't want to
do a slide deck and they want to do a one-page here's my highlights for cuz I know some of those take a lot of time to put together. Like I think about the ones like the facilities does and transportation like that's a time consuming presentation to put together, right? We don't necessarily I mean I'm speaking for myself but we don't necessarily need the fancy pretty slides. If you just want to give us a one page here's you know, the big accomplishments in that department for the year and here's the challenges we're facing and that's all you think we need to know about. I'm okay with that. I'd rather get the information I'd rather have them spend the time giving us the information that they think we want they want us to know than spend the
time making it look pretty on a PowerPoint if that makes sense. Something you need to explain. I'm trying to make sense of it for myself. So I guess what I was just thinking about what could be clear to me is if the operational leaders and tech coordinator if they were invited to the table in a similar way how we present you every board meeting and it's a couple minutes. It's fast. It's the highlights. It's the big boulders that they're moving in their district in their respective areas specific to the essential objectives. If they had an opportunity come and whether it's they're literally seated or if they're up at the podium would have an opportunity to speak to that without the presentation without the written format. That seems like we're achieving both objectives. Like I think
we can try that way too. What doesn't feel clear to me would be for the building reports that they've done historically because they're presenting every meeting. Do we need those building reports? Like they are providing you and I think consistently kudos to the administrative team. They're providing updates relative to the essential objectives every board meeting. So do you need that other presentation outside of what they're already giving you every meeting? Probably not. Well, we make a motion? It says admit Evansville I feel like the sports report, I feel like that was very redundant of what I shared tonight because I've shared it with you three or four times. It was a great resource. But that's where to me having that like if you want to put it together because if there's value that I think
you asked about does the public see it? So what are There are some people who may never like they may not have gone to the individual sport celebration, but they're watching our minutes, they're watching our meetings, they go back and look at them two days later or whatever. So having that in there, they can flip through it. But that doesn't mean Brian has to sit here and go through the whole site. But to his point, really is because Brian has had a seat at the table the entirety of this year as an athletic director which I think is Maybe I could be mistaken new and practice. Yes. He almost doesn't need to do the separate report because he's presenting on it all year long. Meaning like he's talking about he said I feel like I've
already talked about all the winter athletic accomplishments and he has he's been providing those updates each meeting. So his report I apologize I just feel like I messed your presentation it was lovely. I thought it was wonderful about all of that but we already knew a lot of it. So I don't mean to interrupt you. I'm not disrupting you. So to create that you just I put this under your reports and AI and said generate a slide deck. Every single team member here does that. But again >> So what you're saying is it's not as much work as I think it is. Slide deck's not no, but But I think there's value in having that summary cuz yes he is to me that's an end of season recap. For all So yes he's told us
that you know, we had a state champion for wrestling. We all knew that. But someone who's not watching every single meeting would someone who and and only if they listened to that part of it because it's not written anywhere. So, if someone is a more visual, not auditory person, they can look through the slides. The calendar has a has an informational section in their agenda. But I wonder if those kind of things can be put in that. And then and it's just say say you just pretty much say this here's the sports award report and then you go to the next slide, right? Like so, if people go to the BoardDocs, it's there in the informational part of it. I think the meeting could you just mention the hater reports out or anything you want
to say about it, any questions about it, and then move forward? So, it sounds like we landed on the three-season athletic reports we'll keep and Brian would provide either the slide deck and/or one-pager and that can go in an informational section on BoardDocs. Where are we with facilities, transportation, food service? Same thing that it would be they provide a one-pager and/or slide deck, whatever their stylistic preference is. They could be here for the board meeting, give you a couple highlights, you could ask questions, tell them how wonderful they're doing, and then they could go. And that and that could also be informational content in the in BoardDocs. Where are we with our building reports? So again, they're providing you updates every meeting. Is it necessary for them to have a separate presentation about the work
that's happening or do you feel you're getting enough in their twice-a-month reports to you? I guess that's what I'd love to hear from the admins about. Like, do you feel like your report to us is important for you to do or that you're already That's a trick question for instance. Of course they Of course they would say yes, it is. I was going to tell you the answer. I'm not trying to drink really. I guess it's not a good use of your time in that way. Is the difference that that's an opportunity like you we hear every meeting the goings-on in each building. But is that the opportunity for them to showcase here something we did in our building that we're working on or a challenge that we're you know addressing that we want to
showcase? I feel like the coaching I'm doing with them is that they're showcasing their work every meeting. I hope when you're hearing their every board meeting you're hearing the work they're leading in the buildings and it's linked aligned directly with essential objectives. Wouldn't it make sense to have a like a mid-year and an end-of-year update on the PPT plan? Maybe that maybe that would be the >> Progress towards objectives The end-of-year I'm ready. We do but wouldn't it be a mid-year rather because usually those presentations are focused on one part of the PPT plan. So could you see a written report an update Just progress towards something. >> Yeah. Or highlights of The next one is really heavily focused academically reading and math in the elementary and it's still aligned with Karen's. When you give
your reports I would be able to easily jump in to explain what Jess and I have done in the elementary level or our building or the one so like if it's she's sharing then I can talk about what it looks like in the elementary level. Sticking to our action plan and building plan is associated with our essential objectives. You mean when she's doing like the quarterly achievement reports? >> Yes. Like so rather than having like an individual elementary one You would piggyback on it. >> piggyback on to her and be like hey at the elementary level this is the data this is what it looks like in practice so that wouldn't be a building You might be on to something if they're agreeable to this. Instead of you jumping in there's intentionality and she would
collaborate with the three building principals So, if you're going to contribute. Absolutely. >> There you go. What about that? So, eliminating the building reports Because the net there isn't actually only around the alliance with the DPT goals and how they are intended to support the work of academic achievement. Things that I lied on really is it can't possibly be a week. There you go. There's no me here. There's all we. Bam. So, we go to that that I love that. That's great. That was my suggestion. So, we can try again if we don't like it. Don't have to. >> Let's discuss. Okay. Is there anything we missed? So, we're clear on technology. We still have a place. Operational areas will have a place. Buildings will move to economic achievement. The parent will have their fun.
Brian will still have a spot and will provide a report informational and give a couple of highlights. So, that was helpful. We're going to trim off so many minutes from the meeting. Can we not wait? Okay. Uh next is annual reports. So, we all had the feedback from a different survey we did about the annual report and Bridget gave us those last meeting. It looked something like this. Um My first question was did all of that work numbers as well? No, I apologize. I did not. It's like did someone not think any of this was done? Or I realized in preparation for the last meeting that I had missed the deadline. So, That shouldn't happen again. I did too. I just emailed them and said it's not working. Cuz I went in to do it
and it wouldn't take any of my response. So, the parent survey was harder that corresponded with the last survey was hard for a new board member because I don't have the calendar of the school year presentation or anything like that. It's so I was like, what are we talking about? But this was nice cuz it went along with the binder and I could go through it and think about it. But I also did not do a survey. The last one. >> I feel so bad. So I guess um I don't know. Do you have suggestions or something? I don't know. >> I don't have it on my computer. So I feel like I need to turn on my computer so I can be looking at it. I know. I I can take a picture. Yeah.
Yeah. Yeah. I mean I wrote on mine, though. Thank you. Oh, leaving so soon? Happy birthday. You can't tell them their required amount of time. Yeah. I love actually with their traffic. To be fair, they asked. So proposal. Look at Karen. She actually professionally is responsible for compiling Uh what if we said all of the ones that have three or more would be the ones that we include. If they didn't make three, then we're not going to include them this year. So that would be the Panorama student SEL survey. Isn't that the one that talks about the culture of caring, though? Like the only data set for that. There was redundancy in the survey, though. The There's the district building student survey. >> what we have the Panorama, like it didn't compare to like regional
or national. That was the difference, but So you'll still have the building surveys, the parent surveys, the student surveys, which will indicate the culture of caring. The Panorama does it with a different lens and it's different types of questions. It's It's um but it's really probably more actionable for the buildings themselves. In full disclosure, uh surveys is something that we're going to be looking at. One of uh Karen's actionables is to look at our survey administration. We are over surveying. Like we have tremendous redundancy and so we we're not able to attend to that in 25 26, but it is something she said we'd be looking at 26 27. And I don't know where we'll land with that, but we certainly are going to make sure that the surveys we're administering have relevance for us
to make them actionable. It shouldn't be that we're administering surveys just to present data. Like it has to be something we're going to actually be able to act on. So looks like library reports would come off. Community schools report would come off. I don't remember a comparison data from previous. Yeah, I don't know what that one was. >> I don't remember what that was. And then the one that says see email was the other uh questions. And or other ideas. Oh, like what's typed below? Yeah, and I know I'm sorry cuz I feel like I was adding on and we're trying to reduce, but like for the report card data, I didn't find it very meaningful without like the grading policy or like I wanted to look at that with a different lens. Like not
not like who's passing each class, but like what is the progress towards graduation. So it's like a spin on it so people know I I wasn't that interested in the report card data as it was presented. I'm interested in knowing how many kids are on track for getting the credits they need. So So that list at the bottom that I think that >> going to keep I'm sorry. Anchor me back in. So for the annual report, I don't think we put in the report card data. >> It said So like we're getting rid of anything with less than three and report card data by semester we had one vote for it. So, that one's not one that we are keeping. Is that the one that says I'm on the wrong I'm on the wrong side.
Which one Oh, there's two. Um Oh, I thought we were I was just looking at the front. What is the difference between Oh, is this the binder at the end This is the actual What This is the academic achievement report. Oh, okay. That's different. I was >> So, the first page reflects the actual tabs in that annual report binder. So, literally took them right from the tabs. So, what was comparison data? I don't know if she said It was a grading comment. Yeah, sorry. I was in the back just looking. And all of them I didn't realize they were two different. Oh, is that uh I think somebody wanted comparison data from across the region. Oh, that could be. And then we should be I mean as we have it available to us, we should
be including Like we do down there. Yeah. comparison data in there cuz we used to have that. comparison data from previous >> show I'm the only person who put it if we have that data. Right. We need to know that. Like our own comparison from year to year? We used to be able to see um for example on state testing. Here's where our students scored and here's how our students scored scored compared to the other Wayne-Finger Lakes schools. So, if there's how many Wayne-Finger Lakes schools 25 Out of 25, are we for you know, grade three ELA, are we ranked number one? Our students scored better than the other 24 districts? Or are we like 25? Are we somewhere in the middle? And we used to have that data So, just the reader, just the
end. Well, we used to have Wayne-Finger Lakes and we can When I started, we compared ourselves to some of the Monroe County districts, most of them. And so, you can see where we stack up relative to Wayne-Finger Lakes schools and some of the districts in Monroe County. I could even ask for Wayne-Finger Lakes before Monroe because if I could get that added back, it'd be useful to have. So right now we're just doing the state, right? Right now we just have what our how our students score. And we do an access level. Like that's actually an exit I just did with the administrative team on the regional 3A and one of our up and coming counselors. So we'd have to do regions uh comparisons from across the region. Just so we should we do state
where we are. Like if we're in the third or fourth quartile for performance, that's not good. And we need to know that and that has to drive our actionables moving forward. That's a great idea. So we have that one even though I I don't know if that's the right place for it. With the annual report, sure. But Well, even though it's less than three people. >> Actually that might not be true. That might not be an accurate statement. But the reality is we may not have that data. So if you're thinking about like I right now just shared with them the 24 Yeah, the 24-25 data, the 25-26 comparison data. It will come out so well after school starts. There's no way it's usually in the fall that you get Well, we certainly could include
that in the academic quarterly achievement reports. Something we can infuse once we have access to it. Okay. So do I think I heard a motion for the top bar graph, you're comfortable with anything that's below three, we would not include. Can the community schools report? I mean that does go with the culture of caring and some of our pillars. Can that just be one of those reports that you do throughout the year where they're submitted and we ask questions and listen because those were really great presentations. I was going to ask that cuz I feel like one time we did do that where it was like how you have a transportation report and facilities. I feel like there was a year where we did community schools as part of our regular meetings, not in the
binder and then it moved to the binder. You do so much of your changes. But it might it might be good to do similar to what we just talked about with facilities and transportation. We just wrote up at the top. Yep. >> we have in the thing I'll put together next year is we can do that and have it be that they create a presentation or one page or could add it to board docs and then they can be here and speak to the highlights of what they would like to present to you and you can ask questions. >> Okay. Similarly, would you like to take the same approach with uh again per contract can't direct the library media specialist. However, could make the request that she does participate and do a report potentially to
the board rather than us having to report. Like she is involved in the creation of that document. The difference is is uh contractually I can't require or compel her to be at board meeting. I think the library is something that was really if I'm remembering it was a long time ago. The stuff that was most valuable >> statistics and stuff. >> was like the stuff that feeds into our trying to develop literacy. All right. There was some things in there. Like it was interesting to know how many kids are taking out books by grade. >> Yeah. What if that kind of like feeds into that? >> Even the most popular books that were checked out. So what if well, you're you're saying not in the annual report. So what if it became a report and
again she could have the choice, but really Karen in her role and our building principals assume oversight for the librarians. And so whether she chooses to be here or not, if you had questions they could bring them back and get you the answers. So we would shift the annual report instead of that compilation back and it'll go into that annual review and that way uh we're not the the annual report we're trying to reduce the thickness of that binder. So it won't be a 3-in binder next year. Are we taking out Yeah, we we have it's going to be 2.5. >> 2.5 Well, I don't know. The Panorama survey is pretty that's pretty thick. Hefty. Part of that. Okay, before we go on to the other side, was there anything else in the annual report
that you'd like to talk about for potential inclusion? So we did a nice job reading out just a couple items other than things we need to think about adding in. If the comments are on here and they were actually submitted, right? Yes. >> Okay. And I'll work with Karen on that offline. I know I don't know do other schools ever share their annual report what they put in it? I I just wondered what it was. I think Mike Ford is a consultant when he on board our two new board members he sat with the five of you and I had the privilege of participating and he said many boards don't look at any data. And so you are unique and you should be given a kudos that you are looking into the data because you
should be. Yeah. Do we want to table academic achievement reports at this time? Um And then we have the data I guess I could share this and have not yet with Karen. I don't I don't know where this would fit but the last part of the paragraph about comparing ourselves to other districts, I don't know if there's a way but as we look at sharing things with other districts is there a way to and I don't know that it's a necessarily an annual thing but like what are those opportunities that we have? How many AP classes are we offering? How many Gemini classes are >> Well that was in the budget presentation. >> And how many kids participated in that? I have that that for us. We I had that right on one of my
budget slides. How many AP, how many Gemini. How many How many kids participated in those? >> Yeah, it's right on the slides. Okay. When do you want it? Do you want it in the end of the year review? I'm just wondering if that's useful to look at when you're looking at your programming for the year and your recap. For reflection time. Yeah. Cuz to me a lot of a lot of what we're doing there is really reflecting on what did we do well, what did we not do so well. Where are there areas for growth? Would that Would that say that in Well, I think some of those reports I've got looking at again have things like what any enrollment is I want to say there's a report that shows like the passing Not passing
percentage, that's not the phrase. What are you talking about? What are you talking about? But there's a there's a a report in there that shows every course and over however many years how what the Oh, yeah. Is that Is that comparison data from previous years? For which is enrollment in your age enrollment? Would it be helpful if I hit if I took uh created a template of what what the four quarterly reports would look like so then you could see what it would look like across the year and then reference that back and see if there's a piece that piece that's missing? Yeah. And that way it'll kind of give you a a holistic look at what you're going to see in a year and you can decide if you want to see more or
less of something that way based on what initial feedback I have here. Yeah, that might be helpful. It never would hurt me to have it all mapped out what we're going to do each quarter either so. Not trying to diminish the significance, I hear what you're saying. What I would say to you openly there's not an administrator in the room who doesn't realize the addition of additional electives, high level AP, Gemini and or otherwise are something that's work that has to happen. So, I I mean I hear what you're saying and it might be helpful for you to see and again it was in a budget slide so it's already presented. I mean you can have it again. Um we're going to tonight. I don't know that that's going to drive our conversations when we
think about we're looking at the essential objectives. That's your role as the board to drive or guide the direction in the future. I think I was thinking more driving conversations about shared programming. Like if you see not Okay, we have X number of AP and Gemini with this percentage of students participating, but more these are the ones we have and offer. I see. >> And are there gaps where we would go, "Well, there's another school that has this and we can't offer that, but maybe we can >> Exactly. I see that as the work of Karen and building principals, like in particular Rob, because really that that's operational. Like yes, she can be reporting on that and she should be reporting on that. Uh and I think Dr. Steiner touched on that, but I don't
see that being a part of necessarily the annual report where you're helping to help frame our thinking around the vision for the next year. Okay. It does make sense though for a you know, and I can't remember if where it's articulated here, but it in terms of the basic set of distance learning course, right? Because those are the conversations that Rob and his MCAS team and myself are having all the time looking at this when Rob starts the planning with his content areas and then we go to these um distance learning needs and and that's what we did today. We sat at the table and said, "Okay, this one's going to offer Spanish three, we need Spanish three, we can offer this." So, we could definitely include that in one of the quarterly reports. So,
I'll make sure to find a place to to reference that. Okay. And I guess I'm not I'm not looking to hey, we need to you know, share this or add that or but more identifying cuz we hear from kids every year when we go to the um focus groups like I wish we had or we only offer this every other year or so not so much to say, "Hey, we should partner with another school or do distance learning or but more like to identify so we know where are the gaps versus what the kids are telling us the gaps are. I see that again >> Cuz I think sometimes we hear stuff when we sit with them in May Right. they don't necessarily share with administration. I would push back to just say I think
that Dr. Steiner working with his students and myself working with the superintendent's advisory council, they're very open and honest about the fact that we need to do a better job with offering high interest electives. And so we're trying to be responsive. It's not going to happen overnight. I'm not certain in the context of the annual report we're going to be able to Like this is a huge project and they're just skimming the surface right now. A lot of time and energy being with that. I almost see that being more status updates. Like as part of what Karen's working on. Well, as I said, I don't know if that's the right place for it, but I think we could get really in the weeds with that. That feels a little bit more operational. I think we
could get in the weeds cycle. Oh, we should really offer this course. We'll leave that to Karen to work on and then provide updates. We Again, there's not an administrator at the table who doesn't realize that's something we need to do to work on. Okay. In the interest of time, do we want to table the conversation about um the academic achievement reports? Sure. Okay. So, perhaps uh what Karen can do is So, I have not had an offline conversation with Karen so I can share your data now that you've had an opportunity to talk about it in open session and then she could potentially put together a proposal for what those might look like in the future. Like what the academic achievement reports would look like. Okay. Does that work? Sure. Okay. Um do you
want your coffee back? Um It's fine. It's fine. I have plenty. I can get plenty more. It's okay. Um new business. Uh Uh, I need a motion to approve the revised notice of annual meeting and a motion. So moved. Second. Any discussion? All in favor? Aye. Opposed? Passes 4-0. Uh How do we do this, Kelly? I need a motion Yeah. So, do you We do each one individually or I I'd list it all together. I think that's what we did last year cuz there's no one running again. Okay. So. So, I guess I need a motion to either vote yes or vote no for the positions, the bank depository, and the signatories on the accounts. So moved. Second. Are you moving yes or no? We're moving to vote I'm moving to vote yes or no.
I'm seconding that option. Isn't there there's discussion and then we'll vote, right? Is that how it's supposed to be? We already did. Change it as soon as you say yes or no. I will I will I motion to vote yes. I second that motion to vote yes. All in favor? Aye. Aye. There's just a few additional things on this ballot if there's anything else you want to see in the future at general membership meetings, any topics. And then do and then I can check boxes if you want to see like more information on legal updates, CPR for board members, security, FBI presentation, SCD, or UV bus mandate information. I do remember looking at that. But, you can also email me and I can I don't I have so little free time. Send it. Okay. To
save time. And then some of that I think they already did, but I I'll follow up with you guys on those questions. Okay. Thank you. What's funny is you have to have I know that one. That one I cuz I remember reading it going, "What is that about?" But The FBI presentation is good. That's the same one that we already did here though, right? Or no? I'm not exactly sure, but if it's anything to do with the district safety, the FBI presentations are worthwhile. Okay. I assume it was similar to the one last year. Okay. Um I think we voted passes 4-0. You did. Okay. Uh this one, do I have to read that whole thing, Kelly? It's there. You don't have to. Okay. Um so I need a motion to approve the prorated athletic
faculty advisor stipend. So moved. Second. Any discussion? Just uh an unanticipated overlap between uh returning individual, and so this ensures that we have board board action to offer us to the individual during the overlap period. All in favor? Aye. Aye.
