001Call the meeting to order. I aliance to the flag of the United States of America and to the republic for which it stands. One nation under God, indivisible, with liberty and justice for all. Good evening everyone. >> Uh any anticipated executive sessions >> at the end of the meeting? >> Uh any announcements? >> I have no announcements. >> Student highlights. All Karen Hoodie who's all things instructional is going to present our instructional artistic awards this evening. >> Yes, we have three students. I have a brief over uh report of three items I'll cover. Um so for the past two weeks I I heard feedback on the transparenc transparency of the academic pro uh process, how classes are weighted and how GPA is calculated. And I've uh I share that uh I've shared that feedback with
002Dr. Schneers and we've been having conversations among how can this uh change to better reflect how our academic standings uh like show us as students uh in the future and we'll hopefully continue these conversations and hopefully something can derive off of it. Um I've been working >> Can I ask is that because students don't understand how their GPA is? >> Yeah, it's very much in the shadow of stuff. We know that some classes are weighted. We don't know how much they're weighted and if uh if they're weighted against other classes of like the same like Gemini or AP. Um it's very much in the shadows and I I'm hoping to bring that out. >> Okay. It's not is it still in our um >> it's in the counseling handbook. >> Yeah. >> And it's 3%
003for project lead Gemini AP. >> I just recently had a conversation with >> Well, I know that used to be in the I was going to call it course catalog. >> I'm sorry. That is what it's called. I wasn't sure what the right term was anymore. >> We agreed we need to retitle it because it's misleading course catalog. You wouldn't think to look fair necessarily understand waiting of grades and all of that's contained in the course catalog. >> Which is still on our website. >> Um, >> yeah. No, it's okay. I've been uh continuing to work on replacing my role and what else can be done to maximize this position in the future. Um and finally, it is my duty to present the student input on a on a recent train change that uh will
004be further covered by Mrs. Hoodie which restricted uh Google AI mode on student Chromebooks. Actually, this was the first time today. It was today that I I got this input from multiple students and it's frankly been seen as a little bit of an inconvenience as it further limits the privileges uh given to students and of course we've seen these uh limiting privileges uh considerably more this year than other other years as like we've seen in cell phones uh mobility access across like going to the classroom classroom and this AI thing and not all of this is like a control that like something that the district's in control of like the soft policy and uh but these very policies policies that have great benefits will inevitably have negatives. It just happens that many of these recent
005changes have uh consider have coinciding cons that uh affect student expression and access even if the district has no control over it like the I212D policies and that I just want the board to the district to recognize as they move forward in their essential objectives that obviously it there are going to be cons to these uh new policies and so that affect the student the student experience. Have the students um outlined what the cons are for them? Uh it's seen as because you no longer can just type in an like an answer and get a a quick symbol quick simple. Um it doesn't just shoot out an answer towards you which are which is pretty like uh beneficial when you're not doing when you're just trying to get a quick answer that doesn't necessarily need
006a lot of research uh into it such as um what's the first 14th president of the United States of America? Um and yeah um I I see a lot of benefit to it. Um but students have also seen a lot of uh negatives because of the I21 2D policies that limit what websites they can enter to do this research besides of from AI. Um yeah that's a >> general restriction. >> Yeah. Franklin Pierce. >> She's her own AI. >> That was KTI. >> Thank you. >> Okay. reports from district administrators. >> Before we move into reports, I just want to commend our Texas Board of Education for your service this year. I think it's been invaluable having it here. I also want to give you a huge shout out for your role in the Mamia
007production. >> I shared openly with him. I sat in the back and blubbered. It was that good. It was so good. Well done. >> Uh without further ado, we'll start with our elementary school. So, Scott Dresburg, >> I will say that as well. I did not blubber her during the moment we have my daughter's games. >> Um at the elementary school, building off of our last update aligned with our instruction and our action plan. Um I got to give kudos to to K hoodie the conference day. We brought in a math expressions person and had three rotational presentations in the morning of the conference day. We had at least 15 staff members at each one and it really aligned with where we're going as a building in our instructional approach and our view through our
008multi-tered systems of support and how we're looking at data. So the first one was really looking at the math um matific which is an individual journey that students can have catered to their own um where they are basically within math. It journeys them through um if they're doing well, they'll get more difficult things and if they're not doing well, they will get things that are at their level. And then the second one was about eye tools, really bringing instruction to life, that tier one instruction of utilizing the interactive boards. And the third one was the math centers, really allowing teachers to think about their instruction and how they can continue to cater students when they're not in front of them, but working independently at their center. So, it was absolutely phenomenal, directly in line with
009um where we're going as a building. Um the we had a proctoring exam, New York State Assessments are coming up. So, we Jessica Craft um did a proctoring thing this morning, which was fantastic as well. There's a lot that goes into the administration of the New York State tests. Um building literacy. We are on the second stages of planning and partnering with the middle school again because we had such a big turnout or want a turnout for the buddy readers going on. School culture. Um we're building fourth graders just met recently to plan an Oscar worthy performance on dignity which will be coming up in the next couple weeks after spring break. Um we've also shifted some of our staff meetings. I don't know if you've caught staff coming in the morning but ours are
010in the morning. So, at 8 a.m. once a month, we have a faculty meeting and they come in and they have sometimes their computers and they expect to see tables and it's like when they don't see tables, we had it set up in a very large circle in the cafeteria and I had seen like all of their facial expressions. They're coming in happy and they're just like >> and it's like the look of disappointment and it's so great to see it because within >> the just reminds me of my father like they're not mad, they're disappointed and within 3 to 5 minutes of that opening icebreaker activity, the coordinate salutation, they're engaged, they're ready, they and they're so motivated and that led into a nice AI presentation by our librarian Station. Meire uh utilization of
011just the tools and how it can help support teachers in their instruction. Um and then overall when I was able to not able to when I was sadly had to leave last month's or this month's board of ed meeting for the preschool to kindergarten transitionformational self. >> It was such a great turnout. Um and we are now scheduling the screenings for next Tuesday, Wednesday, Thursday. So, we've been able to utilize an automated sign up system so that parents can go in and sign up and we'll call parents that have not signed up. So, really looking forward to that and meeting those students again. A lot of them are preschoolers that are coming in but some new ones coming in. Overall, that's about it. >> Thank you, Mr. Middle School. >> Good evening everyone. So, uh
012much like Mr. bachelor. Uh again the literacy initiative that where the middle school students came across to the elementary school we are going to do that again because it was so popular with our students and it was wellreceived. So we are going to continue that. In addition, as part of uh again our objectives of both kind of a combination of community connections and student achievement the year there are big events throughout the year and so this is sort of the beginning of the as the transition and today was moving up day for our eighth graders to our n to 9th grade and um I have to tell you uh Dr. Schneider it was so wellreceived and um Mrs. Collins said it went smooth, but also we really are working this year to increase our communication
013from with the high school from 8th to 9th grade to make sure that transition uh improves. I know Dr. Snider has uh sent some invitations to us so that we can meet and talk about you know that transition of our students. So again, it's a combination of making sure they are ready for when they get to the high school as well connections of our students working to meet the new staff at the high school and who they will have as their teachers. Um and lastly uh again uh just uh our in terms of our academic achievement we also have our club 34 fifth and sixth grade started a little bit earlier but now our seventh and eighth grade are also uh working some of our staff are working from 3:00 to 4 p.m. in both
014math and ELA to improve skills with our students uh at their school for a 1 hour period. So that's the middle school. >> Thank you very much at the high school Dr. Snider. All right. So, first, uh, talked about in the budget hearing earlier, um, the workshop, and then you'll see again tonight that we have another elective on the agenda. Um, just feedback from students, especially my seniors during their exit interviews is that they want to see more choice and what they're able to do here at school, less study halls. Um, so there's another one on the agenda tonight for an advanced fitness, lifetime fitness course. Um, so we're excited. >> Sorry, it's not on there. >> Oh, it's not on there. >> No, it's not. >> You said you needed to. >> We did.
015Okay. Okay. No one gave >> you on the edge of your seat. >> Well, I'm surprised next time. >> So, uh there is a future elective coming again trying to expand courses for the students. Um working with Mrs. Hoodie to look at other platforms to host standard assessment for our students. So, we had a meeting last week with a possible vendor who could help us out on maybe doing more content specific uh standard assessments for our students. Um we had moving update today and I think it's one step that we're working on Mr. Taylor and myself uh and our assistant principles and counselors on making the transition from 8th to 9th grade as smooth as possible so our ninth graders don't have as big of a hump when they get there. Um so moving up
016there was part of that. We try to make it engaging and fun, part of that culture of care. But then also in May, we're going to be hosting transition meetings uh just for the adults who work with the students the closest, the counselors, administrators to learn about our eighth graders coming up um and different interventions that are in place and working for those students. Um in April, we'll be hosting a coffee and a conversation for families to come in and meet with Mrs. Northup and myself. And then uh our musical was awesome. So we have Rona. We also have some friends behind me that were in the musical. So, just a big shout out to everybody who made that possible. >> Thank you very much, Dr. Schneider. Our athletic director is here with us this
017evening. Brian Roco. >> Yeah, big big night in athletics today or tonight. This morning I met with Ted Kchner and uh Larry Fedic and Joe English at the town park to discuss better communication and um supports with each other and how we can just communicate I guess moving forward. Very pleased with the dialogue and um it was a really good sign of good faith to see what the amount of work that's going on at the town park. So, uh, the recck department and MCBR baseball affiliate program have really donated and put a lot of donated they spent a lot of money on the fields and done a lot of work there. So, couldn't be more pleased with what's going on at Town Park and um, let's pray for a uh, you know, a dry spring
018in the winter. All right. Uh, second is uh, the program assistance. So later on you're going to act on this um MOA to uh to move forward or not move forward with the program assisting system. But what it is um it's athletic programs to continue to grow in size and complexity creating increased demands for supervision communication organization. Um so it's having a assistant at the varsity level that is going to be able to work with the varsity JV and modified teams um and focus on the communication from top down. So the varsity coach in Williamson what I came into is they're really focused on their team but they don't have a lot of time to work with the JV and modified level. So it's time away from them >> of each individual sport. >> Yeah.
019I'm sorry, not for this one. Hopefully for next year. >> Um, >> no, what I mean is for the like say soccer be soccer for modified JV and varsity. >> Yes, correct. >> So, how it aligns to our strate strategic plan. So, with student achievement, it supports eligibility, monitoring, and attendance. Um, reinforces accountability and commitment. Um, allows coaches to focus on instruction and skill development. Um so it's top down again. So what going on at the varsity level can then transition to developmentally at JV and then modified. Um culture of caring. It provides an additional trusted adult for student athletes. Um increases supervision before, during and after practices. And this is something that um Dr. Schneider and myself have been working on with uh coaches can't be everywhere. So if we have an additional person
020in that program, they can help out. Uh community connections. It strengthens communication between coaches, families, and um athletes, improves consistency and clear expectations, and promotes positive behavior and team culture. And this is uh cost neutral. So I already budget for this in my budget. Um so there's no additional cost to the district. It improves consistent, I'm sorry, seasonable and it's a slave position. It's flexible um assignment based on the program need. So if moving forward with this test run, uh when I think about it, if it's baseball and softball for the program assistant, um it'll help us to evaluate the program and the role in real time and we can go back and and see what happened this spring and how is it reporting to me and giving a a day that they're going to
021go down and be with the JV team like how does that work and I can work with whoever that is going to be and set it up for best practice for the following following year. Um and again it aligns with our strategic plan with being physically responsible um by being cost neutral. >> Is it one person per sport or one person per season? >> So one person per sport. So let's go use the softball model. So there's a varsity softball coach, program assistant, JV, we don't have a JB softball team, still modified softball. And the program assistant is going to work handinand with the varsity coach to see the philosophy, the the message trying to establish there and then go down once a week to JV, not softball, um down to modified and then also
022teach those same skills. >> It's building it's bolstering the program from top bottom. >> I get what you said. Do we have do our coaches for the same different levels but the same sport just not communicate with each other and are not necessarily on the same page as to what they want to see or not necessarily I think it's a struggle for sure. So for our to have a varsity coach get down and be with modified that's really challenging and it's not um occurring as often as I would like to. So coming in it was a real eye opener. Why isn't >> Why aren't they communicating if it's the same sport? >> Correct. Well, that that and why isn't when we get them modified to JV, why do we have to teach everything over again
023when they should be doing it in unison small steps? >> So, is this like a temporary thing to adjust or will this be um going because I'm seeing what you're saying that uh informs the future >> as far as getting people to talk together. I'm just struggling why if it's the same exact sport be it baseball, softball, soccer, eventually flag football, why we don't have our coaches for the three different levels communicating with each other to begin with or trying to be on the same page to begin with to develop that. Do we just have >> Is there a way we can address that? >> Is this how is this? >> Well, this hopefully yes, this is it. But however, like it's challenging when you're in a season like it's you it's hard to communicate.
024check with your JV team when you're so focused on your own team in real time, right? >> I also look at this as an opportunity to have additional design supporting athletic director because there isn't an expectation for him to be at every practice or at every game and so it allows for him to have other program coordinators help supporting him with what are the needs. So we're doing the vertical alignment as far as building the programming from MOD all the way to varsity. So it really supports him. I will also share with you openly like when you have a varsity coach out like we can't always have a practice if we don't have a varsity coach. So this the expectation would be that the program assistant actually steps in at any of the levels and
025supports programming. So we don't we're not canceling practices or games. Uh to your question I think was this is really a pilot. I would say Brian when he initiate initially presented his proposal we said let's uh pilot it this spring and see how it goes and if it actually brings merit to programming then it's something we would continue next year. If it doesn't then we can certainly abandon and say we're not going to move forward with this part with this uh model for next year. >> And this person will be doing sports eligibility >> checking on other basis. >> Correct. So I can be if it's if it's tracked I can be working with all all three levels and they're monitoring and they can communicate with teachers. They can report back to that coach as
026well. Um >> communicating with families. In my previous district, we we in my previous district, we had this and it was phenomenal. >> I like the idea. What what what I guess >> I'm tr having a trouble tough time with is the coach is not working together. It seems like they're not. I guess my push back on that would be there isn't and there can't be an expectation that a varsity coach is attending any modified or or JV >> and I don't know how you intentionally or hold folks accountable to having dedicated time to having those conversations. I would also argue it's really important for us to know we have a.5 athletic director. We right now do not employ a 1.0. So right now this is a means by which to support the model that
027we do have which is our adap at the middle school. >> Yeah, I'm not arguing against it. I'm just >> I just >> we ask our teachers to to work with each other regardless of school level. Our coaches should be doing the same thing. >> I'll push on that too, respectfully. >> Y >> our teachers consistently are asking for more dedicated time to have those conversations because what they would say is we have not as a district carved out sufficient time for them to have those conversations. So right now he's trying to fill a gap. It might be that this is a gap in the short term. It might be that he after runs it running it this year says this is the solution like this is an answer given our current configuration because I
028don't see us moving forward giving our given our recent budget workshop conversation. I can't in good conscience come forward and say I think we should employ a 1.0 FTE the athletic director. >> Not not every program would get a program assistant. We would look at those criteria. So, um, if they're eligible for it is a program, baseball right now is huge in numbers, like from all the way down beyond modified. Um, our wreck and I think providing that extra person to to help out and build the program is is is crucial. And also the reverse side of that, so softball right now, um, their numbers and they're very young. So having that communication from a again varsity philosophy and bringing that down to the lower levels, >> you're spot on about the model and I
029like teachers I'm not against it. I know that's what it sounds like. >> Teachers are clamoring for more of that collaboration. >> I'm not I'm just I'm just >> I guess it doesn't I don't understand why the coaches just wouldn't communicate with each other and and just have conversation with each other. It is about the varsity program. this is what I want them to to do and have those conversations on their own with the other practicing. You know that to me that just makes common sense if you want to have the program to do well to constantly have those conversations anyway. >> That's just my personal thought process. >> Those conversations are going on but just like teaching each kid is different. So if we have a modified coach is not experienced as our varsity
030they're working with varsity. Okay, let's differentiate that what we're trying to teach that um play or whatever it may be to work with that coach. >> And in practice, depending on the sport you're talking about, it's not practical to say the I'll just pick baseball. The varsity baseball coach is going to go watch a modified practice because his practice could be held at the same time someplace else. So that means in order for him to go watch and see what does the modified team need to know to build from modified to JB to varsity. If he says I'm going to go to that practice that means you cancel varsity practice >> because you don't have somebody there. So I I assume that you're saying I like it and I'm just you don't >> I mean
031this could be a long conversation but you can pick up on table what's going on. Hey this is what I'm doing up here. >> So I guess I can't say terms and conditions of employment because really athletics while it is it falls under WA contract so loosely there are terms and conditions of employment. However, >> my >> that was for you by the way. >> But you know, I mean, all can aside, >> I know there are sports that they do that do already do that. I can tell you like for baseball this year, the >> JV coach was involved in the triyouts, >> right? >> But it doesn't happen necessarily to the same degree at all of our sports. and you're limited by you're only one person. Like I think Brian was the one
032who said a coach can't be in multiple places at the same time. So to me, I view this as an attempt to enhance and build our programs without adding a >> but a program assistant could take over varsity for a day while the varsity coach goes to another one. So >> the possibility of more communication is there. And I agree with you >> that there should be that communication already there. That does not. I sense >> I think it I sense there's not so much communication in other sports. >> Yeah, >> I think some are better than others. So finite time, energy and resources. That's my answer for this one. >> Y >> and these none of these are 1.0. It's all stipens and most of them are doing it. >> Right. >> Just don't.
033>> So >> I just want to see them communicating on top >> like an outcome of this would be better. >> Yeah. You don't think it will be or >> No, I said I like the idea. I'd like to see that coaches communicate better on top of that. >> Gotcha. So, to be clear, this proposal that we're going to vote on later is a uh I don't remember what word you used, but pilot for baseball and softball this spring. >> Correct. >> So, two stipened people. two st people um already budgeted for similar cost >> and obviously prorated for the season because they're not starting. >> It's a nice follow to the um eligibility policy updates. It'll be nice for kids to see somebody's on it right away. >> Yeah. >> I I guess I
034just want to say thank you to Brian. I appreciate the creative out of the box thinking uh because he is very passionate and committed to building programming for Williamson and recognizing some gaps and saying how can we creatively fill them doesn't mean that this will be the answer but I do like at least we're coming with solutions to the table to try. So thank you very much for that Brian. >> Does that conclude your report? >> Yes. >> Until later on in the agenda because you a couple times uh from the office of people personnel services. Uh, so I think I mentioned at our last boarding meeting um about our community schools and having the dentist come in and do dental um for our students. We have 70 students signed up, just under 70 students
035signed up, which is quite amazing and quite a lift. So um that means that our dentist will be at the elementary school for five days and then a couple of days at the middle school and high school. So, that's really great news that we're um hitting that many community members that need um some dental services. Um I would like to talk about uh student achievement and our culture of caring. uh over during our professional development day on Friday, uh Jess Craft and Sean Spooner were were able to do a professional development session for our aids and monitors and our bus monitors um on restorative practices and just um how to deal with nuisance behavior on the bus so everyone can get to school safely. Um and I think it went really well. They had really
036good feedback. Uh I participated in it for a little while and we did some community circles and really talked about, you know, how to establish relationships and positive relationships and how to use relationships to help with your behavior. Uh I was able to have department meetings with our special ed department this week. We really focused on student achievement and looking at our projections for next year and really looking at our staffing for next year and um how we can meet the needs of students as I further continue with my needs assessment. So, I'm excited about bringing some of that to the building principal so we can really talk about um how to best use our special ed staff to meet those needs. >> Thank you very much. And from the office of instruction, which is
037really CI parenthood, >> hello there. So, yes, we had a very successful last Friday, very successful superintendent conference day. Um again, many thanks to um Jess and Sean for the restorative practices work that he did. um that also included our PBS staff was able to attend if they were able to attend. So that was a really um well portion of the morning. The other part of the morning we spent time digging into portrait of a graduate which comes out of New York State obviously New York State inspires and so we just offered the teachers more opportunity grades 5 through 12 specifically um time with the attributes of a portrait of of a gra in the portrait of a graduate um through a game. We created a clue style game for them to play. So they
038got to experience that. So they hopefully were able to balance out the the day is in essence a wellness day. So hopefully it brought a little bit of fun to portrait of a graduate if that's possible. Um and so that was really wonderful and in addition then finally we had the math work happening down at the elementary school for the morning. So it was a very successful superintendent conference day. The afternoon was also exceptional. Um could not have been done without Kathy Opinazer um and and her organization of wellness activities for the staff. So they had opportunities to connect, unwind, and really take care of, you know, take some things off of their plate to help restore them. So that was very successful. Uh the other thing, uh, and Ronin, you had previously mentioned the
039AI component on, uh, Google. And so that's a a great segue. I wanted to, um, speak a little bit about our tech technology team. Um, for those of you, I think Francis, you were there at our last technology meeting, we got stakeholder opinion on our technology plan. So every three years we have to um submit a new technology plan and so Michaela led the group last time we were at our meeting um around that and what our goals should be focused on. Uh Michaela and myself and Jack the Tai sat down and drafted the technology plan um to be uh to be approved. We'll see fingers crossed. I don't anticipate any problems but we ended up with three goals around access to high quality computer devices um while maintaining an up-to-date inventory and a replacement
040plans. secure reliable wireless network and protecting staff and student um personal information and cyber security work. So our three goals for the next three years will focus around that work right there. Um I just wanted to specifically speak to uh at the one of the I can't remember if it was policy or board but we had talked about the Google AI summary at the beginning. So after that meeting um I did work with Michaela to find out more about how that's generated and if it is possible to block it. um and she did some investigating and so in theory it's not blocked. It's just removed from the top access. So it is not something that is able to be permanently blocked within the Google platform but it was removed from that access point right there
041coming up straight up at the top for kids. Now I have not dug in any deeper as to how you go find it. I am sure that there are some students already on that project as we speak um >> or have found it >> have found it already. Um but that is essentially what happened is it was removed from that top access point there um based on uh what you had noted about it being there and just seeing how effective it was or how important it was for students to have that kind of access. So I think that was really great feedback run um in terms of just seeing how the kids um perceived that change. >> They're all looking >> No, her computer just went down, right? >> NO, YOU CAN'T. YOU CAN'T like
042on the top if you search something up and there's you know images web all that stuff that immediately goes to the web tab and if you click on all then you can see like some pictures and stuff but then there's another tab that's AI mode but that's blocked so it says the site is blocked so I mean there's also I've heard I've heard that there's widgets that you can apply >> there there are >> well there's always everything but there's things that make it more difficult I've heard So there are workarounds. I mean Michaela is aware of that there is no way to permanently turn it off. Um so there are workarounds to the system but it does take it away from take it out from being the first thing that kids could see and
043access. And um in reference to the um in terms of research we talked about researching for information. Really we're trying to shift the focus to the re research and using the databases and our library platform because those are the ones that are protected for the kids to explore through. So a work in progress for sure. Definitely a a conversation. I've noticed three times AI has come up tonight in board uh updates already. So, it's definitely a topic of interest and we'll be um talking more later. >> Thank you very much. >> And finally, but last but not least, business official Justin. Um, but first I just wanted to make you aware of um something that um New York State made mandatory um on February 13th of 2026. Um it will not um be effective until
044October of 2026, but um they made mandatory a 100% uh disabled veteran exemption. And what that means is like in order to be eligible for it, you would have to be made 100% disabled from a military related um event. There are very few people that qualify for this um and is very hard to get put into that exemption and everything would go through the assessor's office for that for all the qualifications. But if they do qualify, it is mandatory that they get that exemption >> for tax exemption. >> Yep. For school taxes. Yep. Um there was a question um last board meeting about um the cost of a mega mini bus versus a regular small bus that we are buying this year because last year we bought the mega minis. Um so the cost of
045the mega mini um up front is about $154,000 and the cost of the small bus that we're buying this year is 112,000. And one of the big differences with the mega mini was that it had a higher seating capacity. So you could fit 35 students versus 28. So it allows for us to transport more students with essentially not as many buses. Um and um speaking with transportation, they also like to use the mega mini for out of district runs. Um it's better suited for that. And then um the purchase of these other small buses for more in district runs. Um so looking at um after you take into account our aid and any possible trade in that we may get it's just like an estimate. Um so after all of that the mega mini I'm
046thinking will cost around 18,000 and then um the regular small bus would be approximately 13,000. um again after aid comes back and the trade in that I'm estimating and you do have a uh print out of that as well. Um finally um I wanted to talk there was another question that came up last meeting about reserve balances. Um there are um so I gave all the board members here a sheet. Um I started with the beginning balance for 2526 um anything that we will have utilized this year um from something that we may have um appropriated in our budget for 2526. And then I also took out you know our capital reserve usage that we were authorized to do um in our capital project vote. Um, and then I also applied any interest that I'm
047expected to be earned throughout the remainder of the year and gave an estimated ending balance for 2526. It does not include any potential funding that we could do from um excess fund balance at the end of this year because I don't know what that's going to be yet. Um, so the first three reserves that are on that list, which are the ERS, which is the employee retirement reserve, the teacher retirement reserve, and unemployment reserve, those are all reserves that we can use to help offset our operating expenses. Um, so when we're going to look to balance our budget, those are going to be three of them that we um look to use. Uh, the balances are over in that right hand column. The three of those together total just over $2.3 million that we're expecting
048to have. Um the other one that we're potentially going to use is the debt service reserve which is all the way down at the bottom. We're going to have approximately 1 almost $1.3 million in that and that can be used to offset some of our debt payments um that we have in the upcoming year. Uh the other reserves are more restrictive. Again, we have the capital reserves that are either for our um buses or for any um capital improvement projects that we do. And then there's uh three other reserves that we can use for um if we have any uninsured losses, claims or judgments against us. And one final one that we could use is our employee benefit acrewed liability reserve which we can hop um use to offset any like um retirement incentives that
049are used for um like sick days and stuff. >> So if we have money that carries over from this year to next year, how where does it go? >> So we could fund the um any of these reserves here with that money. Yeah. >> In accordance with the board approved. >> So being a little naive here when I'm looking at these numbers. I'm not quite sure if this is healthy or not. So is there is there one that needs more one that's got too much? How do we I actually feel that most of these are pretty are funded pretty well. Um you know we're we're at a good point with them. And for instance, like the employee retirement reserve, I don't remember how much was in the presentation. It might have been 160,000 maybe. I
050can't remember. I'm just estimating. >> Yeah. Um I might be um requesting to use 160,000 of that. Now, we could also with our excess fund balance at the end of the year, we could essentially replace that money as well, depending on how we all decide we want to fund these reserves. And the other area I would just draw your attention to is uh we have maxed out what we can put into the capital reserve uh actual reserve fund. And so we did ask you to pass a resolution at our last board meeting. So we'll have a proposition which will allow us to start a new one because again ultimately we want to try and keep socking away as much as we can if there's excess to make any future capital improvement project costneutral. So, we're
051good for the capital improvement project that the voters authorized for the 25 project. But as I and again, I don't know how much you remember. I can't remember how long ago I started talking about this. The reality is is we were planning for the 25 project. We were also identifying and prioritizing what the next capital improvement project would be based on our asset need for asset preservation. So, we do need to have means by which to start a new reserve to hopefully have another costneutral project three to five years from now when we're putting out the next project. So, that's really important. Do we have a projection of how much we want to put into that new one? >> As much as we can >> because again about $100 million in >> in need, >>
052correct? Across the district. >> There's a limit to what you can put in one and that's why we had to. >> Yeah. Yeah. Because once you've saved enough, even though we know we're going to use it for this next project, right, you want to start saving for the next one. >> That's right. because we know >> it's kind of like owning a home when you go, "Okay, I need to save to replace." You know, the hot water heater and the roof and the driveway needs to be repaved and you prioritize and need go, "Okay, this is what I'm saving for first." And when that's done, I'm going to save for the next. >> So, I think in the resolution, Kelly can fact check this for us. I believe the uh language that we had to
053be approved last meeting is that we would have a capital reserve 2026 and that's where we would start uh asking the board to allow for us to take any excess funds and infusing those into the new capital reserve. And again, basically what we're doing is feeding the next project >> to make it cost neutral for the community. I was just curious the debt service uh interest um >> I was just curious as to was invested in something different for the amount of interest they earned didn't say comparison to the employer retirement >> I will look into that for you um I will have to look at the >> whatever >> the history yeah because the treasurer that's at Boseies takes care of that so that's something that I I can look into for you. >>
054Just curious. >> Yep. >> Um so the ones you can use to offset uh >> budget are ERS, TRS and the unemployment and you can also do the debt service. Um and then for people watching at home or for other people that are here if you are interested um I did do a reserve presentation back in November. So that will show um details up until the end of 2425 school year. So it won't show any contributions or utilizations for this year but the the balances will be there for the end of last year. So question take the line that says for ERS the column that says utilization is 1685. Yep. That's what we are using this year. >> Yes. So we appropriated that as a reserve it for the 2526 budget when we were trying
055to balance the budget. >> So I might I might be mixing two things up. So that 168 when Bridget in our budget workshop earlier was saying you can only use >> what the actual expenditure is, >> right? This was this >> based on >> I realize we're still in the year but >> based on anticipated >> this is what we anticipated this year. So the max you could use >> I think in the example in the other >> 200 was 200, right? So the the 200 in that other presentation is the 2026 27 equivalent of the 1685. >> I just want to make sure I >> and these are the accounts for the 590. >> Correct. >> That's exactly what she said. RS TRS unemployment and then down at the bottom debt service fund >>
056and that the of the combining the four appropriated reserve amounts would be the $590,000 and it's completely in that's exactly why you have the reserves. >> Thank you. And then of course the board has to authorize at the end of the year once we have our close out and we see if there's access then the board has to authorize which reserves we would actually potentially replenish. >> Yeah. >> Is there going to is there a recommendation for how I know as much as possible what looking at all of these is there a recommendation at the end of the year for how much we should put in to stay on target? I would want to actually anchor into the reserve plan that's a that's approved by the board of education to see what our articulation is
057for the district. But again, I'm going to go back to where we asked you to authorize us putting out to the borders a new reserve plan because it's going to be really important that we try and have costneutral next project. >> So factoring in replenishment but then also thinking about funding a new >> reserve plan. So that's new capital reserve. Sorry. That's when you say the reserve plan that the board approved. Are you meaning the capital reserve? >> Yeah, there's an actual >> you meaning the plan like what we have from >> the actual plan >> the articulation that we have around how we're >> I just want to make sure. >> Yeah. Okay. >> Okay. I think that's everything. any other question? >> So, hold this for a minute because we're gonna finish reports
058and then come back to this. >> Yes. And I only have a few, but not really. I actually have quite a bit. Uh, I would like to first start, and I know we typically don't do a lot of shout outs in the uh superintendent report, but I do want to give a shout out. This is a unique one. I want to thank all of the students who are currently participating as staff members in facilities. I want to share with you they've been invaluable and the amount of pride that they have dedicated uh to our facilities. Uh as you know we have uh had some shuffling transition within the facilities department and we have a number of students who are currently participating as part-time facilities workers and they are just doing an outstanding job and the
059amount of pride that they are putting into the work. Uh I just want them to know that they are they are seen and valued. I actually want to thank uh it was really one of the parents of one of our employees student employees who actually brought to my attention. I thought, you know what, we have not made mention of them and man, it is really amazing how much they're coming in and doing the work for us and doing a great job. So, I want to give them a huge shout out and I know that's atypical, but it's our students. So, kudos to them. Uh, I have a number of items and so I want to start we uh had a budget presentation and so thinking about and speaking about elections uh the first thing I
060want to share with you is that we also have to be thinking about uh concurrently an exeicio board of education member process. And so last year was our first year and so we engaged in a process where it was student voice who identified Ronin who's sitting in this seat and so I shared a template or a mock draft calendar for how that might look for the next year's uh student affect board member. I want to thank Ronin and Dr. Snyder for their contribution to feedback around our process and so they met yesterday and Dr. Snyder communicated with me. So thinking about our exeicio student board member for 2627 uh eligibility will still remain as outlined in regulation meaning you have to be a senior and you have to have been in Williamson for at least
061a year to be eligible. Our process is this. So by no later than March 6, any interested uh potential execus board members will have to notify me in writing that they're interested in serving the seat by by May 12th. I'm sorry on May 12th. Uh interested uh junior pass. Did I say Mar6? I'm sorry, but you know I talk to guest and I don't even catch it. >> Well, that's right. >> Oh, and by the way, remember I do have ad I invert them and make up my own. >> It's May 6. Thank you for asking. So May 6, uh following this board meeting, I'll push out a communication that will have all of this to for our juniors so they have all of this information. I will also let their families know. On May
06212th, interested juniors will meet with myself, Dr. cider and hopefully Ronin so that Ronin can share kind of the authentic relevant information about what it meant to to be act in service as an exeicio board of education member. I think that's really powerful and impactful for our uh potential candidates. On May 15th, our junior candidates will present during forum to the student body and why that matters is because ultimately it is our student body who will identify the next exeicio board of education member member similarly to how Ronin was elected. We plan on running a parallel vote. So, in the same way that we have uh seats open to our board of education and our community will vote on your seats on May 19th, the same is true for our ex exeicio seat, our student
063body uh students in grades 9 through 12 will vote on May 19th as well and we will be able to announce the new exeicio student board of education over on May 19th. So, I again want to thank Roman and Dr. Snider for their support of the process. again wanted to present to the board before I pushed anything out in writing to our students and or families, but I do intend to get something out by the end of this week to our juniors and their families about this incredible opportunity and hopefully you'll be able to speak to what an incredible opportunity it was. Also, thinking about annual elections. Uh historically, there has been effort to try and have another type of parallel vote. Uh I know previous to my uh time here, we had uh partnered
064with other outside organizations. Uh, frankly, I'm really thrilled that, uh, working with Tina Vanrein Vanrean, uh, Tina is very eager and interested in creating a parallel vote that happens right here in district that impacts food service at Williamson. And so her idea this year, and I actually love it, is she's going to do a chicken showdown. And we're going to have our students participate and vote on uh, nuggets, tenders, and patties. And so students will have the opportunity to have voice. Any students who vote uh will be uh they will have an opportunity to have a golden ticket and it will actually be a ballot where they're voting on oh and by the way there will be actual tasting so you'll get to actually sample the products uh between whether it's nuggets tenders and patties.
065We talked about having a blindfolded vote. Maybe that might be uh we intend and actually I love this too. She said if it's acceptable and it's approved I would love to have someone in a chicken costume. And I said absolutely. So, we're gonna get someone in a chicken costume uh at the info. >> Are these for new items or things they like best? >> She would like for there to be a tastier product and so she's going to bring bring three products forward and our students will have the voice and ultimately how they when they express their voice that's the direction we will take as a district which I love. >> I think the people like their chicken crispy on the outside. >> Just saying. She is going to uh purchase through her own budget
066uh stickers that say official chicken judge and that will be their I voted sticker that we wear go to the elections. Uh love her theme. She uh is going to create a flyer that says join us for a fun interactive taste test where students and families get to sample different product lines for our chicken items and vote for their favorite. So ultimately she is allowing students to have voice in the products that we're going to be serving at. So this is like when they voted I think on playground equipment and so we have to come to the >> regular election to participate or >> No, we we are going to offer up the vote the whole the whole day just to make sure that as many students as possible. >> That's why I was asking
067some kids >> in the cafeteria or something like that. >> Are we able to try the chicken? >> Can I get back to you on that? I'm not sure how much you can buy or how much he's willing to eat. I really think this is going to be student audience, right? >> Can I mean camp and staff? Can they participate in the chicken eating as well? >> I will ask. >> I don't I just don't want it to feel like it's only us and not you guys. I feel like this is student voice. I'm not sure. >> Oh, I was just >> But I do want to thank Tina for her work on that. I think it's a creative way to have student voice incorporated into our food service menus. Uh and so we do
068intend on moving forward with that uh for May 19th, not March 19th, May 19th. Uh next item I wanted to talk a little bit about is I've been speaking openly about uh an anticipated meeting between myself, Penny, and our uh our financial adviserss. Penny and I did have the opportunity to meet with Sarah Bradshaw, who's the vice president of BPD, Bernard P. Donigan, uh financial adviserss. We met with her on May March March 12th, not May 12th. uh and the purpose of that meeting was to discuss uh short and long-term implications of potentially closing a building. So, we take uh the board's task around fiscal responsibility very seriously. And one of the items that has been identified as a potential fiscally responsible pathway might be to consider closing a building at Williamson. And so, I
069want to share with you there really are three potential pathways for us right now around building uh more specifically middle school. Uh at our last board meeting, I openly said in public meeting uh that really from a space utilization standpoint, it doesn't make sense to even consider any other building other than the middle school if we were going to think about a closing. So there's three possible pathways. And so the first is uh we keep the building open as is. And I want you to know that from a building aid perspective, it's neutral and actually we generate revenue. It's not a lot, but from a building aid standpoint, the middle school generates and will continue to generate for the next 15 years between 20 and $30,000 a year. Nominal, but generating revenue. >> Yes. Yes.
070>> But it's in the but it's in the positive. >> It's in the positive. So, if we move to model two or pathway two, which would be sale of a building, the implications are great. And so ultimately, if you were to sell the building, you have to immediately take any proceeds from the sale and you have to apply them to our debt because we have a debt associated with the middle school. And ultimately what ends up happening is because we apply it to the debt, it ends up costing our taxpayers money. So by applying it to our debt service, it reduces our building aid and instead of it being a positive revenue by keeping the building open, it ultimately has an impact to our local levy. The cost might be considered nominal. It's not like
071it's an extra million, but over the course of the 15 years, it ranges from between 50 and $100,000 that we would have to add on to our levy to accommodate for the fact that we closed a building. So we no longer would have a building and we'd have to levy the community to cover the cost of the >> cost a million and $75,000 over 15. >> Is it 100,000 a year or more? >> There's a I'm just on average Sarah. >> Yep. >> Yeah. So that is not the exact amount. >> Some years it could be >> 50 75. It pops around and I couldn't tell you why mathematically it works like that. She's got a whole spreadsheet, but there's a little bit of variability, but it absolutely impacts the local levy in not a
072positive way. >> Now, if we got to a place positioned and we had to think about seriously, this is an option, then Penny and I would have to do some additional work to say, do the cost savings and reduction in staff outweigh the negative impact on our local levy? >> That's not where Penny and I have had an opportunity to do. We just met with Sarah. So, not just that, but energy cost and all other costs. >> Exactly. >> But again, the long and short is, and just so we're clear, she was sharing with us a model where we put the building up for sale and we yielded $2 million. The reality is we'd be lucky if we got half a million. Like, that would be a good pay scenario. >> So, again, not a
073positive to the levy and not an immediate short-term solution for Williamson. I don't see us pursuing this. Certainly not a recommendation in the near future. Like we'd have to be really thoughtful about if this is going to be a pathway we want to pursue, then we want to be thoughtful over time. Hey Francis, that 17-year model >> if not in the three to five >> if if you went to explore that route like if you put something up for sale does that does that clock start ticking as far as aid and >> no until you get >> until after it's sold because I mean you can put a building up for sale and it could sit for a long time without being sold. So, while it's still owned by the district, even if it's listed
074for sale, you still get that 20 30,000 building aid. >> Yes. >> Until >> and you can still utilize the space. >> But again, you got a a building sitting vacant that you're paying utilities on >> and you've shifted all these classrooms. Well, >> if you have to make it >> if you decided to put up for sale, right? Could you still have classrooms and regular? >> Yes. >> Okay. So, >> okay. >> Yeah. >> So, then you're still generating the aid and using the building until it's sold. >> I guess there's other costs associated with that and they might not be financial. So, just thinking again about morale, culture, and climate for the district and would we be again what's your appetite? >> Don't put the first sale sign out right in front of
075>> correct. >> What I would say is yes. I I I would not it would not be my position in the short term within three years that we would be making a recommendation of proposing a building given that >> it is adversely impacting the levy. like it would have to be significant cost savings for the district around staffing reductions which we already know there's not as many as you think but there's really only a couple key roles that you potentially could >> to different >> so model three and it's the best the negative 75 on average each year because that >> there's variability >> I know 50 to 100 so roughly >> I don't want anybody quoting me she said 75 and it's all over the place I know but um does that take into
076account how How much would you save on utilizes? >> Absolutely not. >> She's saying they >> correct and that's without any other >> analy without any other analysis of cost savings specific to staffing or utilities the variability is it's a negative impact on the local level. Got >> so the third pathway which is desirable is leasing space. And so I want to share with you that if you lease space obviously that's a revenue generator. What it would potentially mean is shifting programming potentially on how much space we could lease. It could be thinking about a different configuration at the middle school potentially moving our seven eight and having a junior senior high school at the high school if we could lease a significant amount of space to both. And it's important to note that there
077are specific regulations around how a school district can lease. I want to make sure I say this statement as legally permissible. you have to lease for approved educational purposes of the district or another public education entity because if you do not you also still compromise your building. So if Boseies comes in and says, "Oh my goodness, we have such need," which by the way, we know they do. There's students in um what's the uh oh my god list. >> The weight lists >> we have students across the region in weight list. So we know there's a need. It just has to be that we fit >> the model for what Boseies would would need. So as soon as I we met with uh Sarah Branch, I immediately reached out to Lisa me who is responsible
078for special education programming at Boseies and said we are very interested in exploring a potential partnership where we could potentially lease space in one of our buildings and asked if she would be willing to meet with myself, Nancy, who's responsible for pupil personnel services and Penny because she's on the financial side if we could have an initial meeting. The night we met for the superintendents award dinner in Newark. I caught her and said, "I'm gonna make the ask." Like, we are positioned and we're very interested in exploring the relationship. She hasn't responded yet, but I have it on good authority that she's on vacation. And so, my hope is she reaches out in the very near future. And I certainly will provide you updates once we've had an initial meeting with her. I do know
079with confidence that Bosey's last year explored a relationship with uh Bloomfield Central. It's my alma mater and former neighbor, and they did actually open a couple classrooms. So my hope is that we can generate some revenue by exploring a new relationship with Boseies. >> So you would be able to say have x amount of classrooms for bothies and then still have our students in so many classrooms in the same building. >> So I can tell you Bloomfield I think they only opened a couple. >> Honestly, I'd love to generate a lot of revenue. So I'd love to say hey let's do six to eight 10 classrooms. Don't know that there's that kind of need but we certainly want to at least open the door to those conversations. So knowing that sale of the building adversely
080impacts the local levy means we're going to stay open right now. That's good because we're generating a little bit of revenue. PT would like to generate a little bit more without negatively impacting programming for Williamson. >> Would we have a rough estimate of what how much revenue we could earn each year per classroom? So if we one classroom does that what's the X amount do we think we could earn? I do not have an answer for that and I don't want to misspeak. That's why I have our business official participating in said meeting because she will absolutely be asking and taking diligent notes about that part of it. So Nancy with oversight of PE people personnel service says it's very important for her to be at that meeting and then for my lens just thinking
081about what our space utilization and then the finance. So stay tuned. We'll continue to provide you updates but I did think it was important that I said it out loud because I've been talking about it during regular meetings. So, at this juncture, it would not be the position or recommendation that we move forward with closing a building in the near future. >> Can you do me a favor? >> Absolutely. >> And I did say earlier, I appreciate that you speak best, okay, >> but can you reread the >> I would love to. >> Legal mumbo jumbo around what you do. >> Yes. >> Because I want to make sure I understand. >> So, leasing to safeguard our building aid. We could only lease to approved education. We could only lease for approved educational p purposes
082of the district or another public education entity. >> Is there an approved list? >> Approved educational purposes. >> All of this by the way has >> the district as in our district. >> I'm not sure I understand the question. Approved educational purposes of our district. We could >> I'm trying to think of an example. >> What would be another purpose of your own district that you would lease yourself? No. Wayne. Well, that would still be >> like a capacities program or something. Maybe >> that's like a support. >> I don't have an answer for that one. >> Okay. And then what's the rest of the phrase? >> Another public education entity. So, we could if a neighboring district wanted to >> needed space, they could really the most um I guess feasible practicable answer is
083Boseies. And just so we're clear like all of this has to be uh New York State education approved. like we can't just arbitrarily and of course that's part of the approval process like we'd have to submit a proposal to lease part of our space and then hopefully get approval so that we could actually generate some revenue on the middle school. >> The bottom line is based on that you're very limited in who you can lease space to and for workers. >> Now I did ask about uh municipality because another potential partnership for us might be with Williamson, right? Like if there was any interest in them leasing any space for any wreck or child care like I keep hearing about child care being a deficit in our community. It would be great if somehow somehow
084the town school could partner um but that doesn't fit that requirement. >> It would depend on the purpose. >> So yeah they wrote it basically >> correct. But if we use the billy part-time, does that still take away eight from us from us getting aid? If we lease part of the bill even though we use it, >> if we leased outside of educational purposes, then yes, it's clear from working with Sarah that we would potentially compromise our building a >> even if we're >> because you're not using all of your space for education purposes. So, for example, if you leased it to ABC Construction Company, two classrooms, that you wouldn't be able to get state aid on those two classrooms, >> correct? >> But if you leased it to OC's, you would, >> right? >>
085And if you leased it to a child care provider, like whatever, two classrooms, if the state if state said no, that's not doesn't meet that criteria, you lose that. >> Correct. >> Even though it might. We're not in a position where we want to explore options where we're going to compromise eight like that's that would not be an objective. >> I guess that's why I wanted you to reread that because the first time I thought it was very restrictive and I wanted to make sure I >> so our starting point >> caught that correctly >> and because everything isn't going to happen overnight. Our starting point is absolutely exploring the relationship with Boseis. And again, the good news from my lens is well actually it's been a source of frustration is the weight list that
086we know exists and have existed for years because of inadequate programming through Boseies and programming that small districts and I recognize we're not tiny, but we're under we're under a thousand students now. So we're considered a small district. The frustration about us not having placements so that our students aren't getting what they need and deserve to be successful. So I know there's a need now it's just working with posties to try and remedy that need and hopefully we can be a creative solution and generate a little revenue for Williamson. So that's the next pathway. Stay tuned. I'll continue to provide you updates. I thought it was important you understood kind of where we are with that. I would say for intensive purposes pressing pause on closing a building like really now energy is going to
087be diverted to trying to generate some revenue. >> So okay. >> Okay. >> As much as you hope that's going to conclude the report. You have more. >> I do. I want to continue to pro provide updates on again thinking about fiscal responsibility and the task uh being tasked by the board to explore alternate pathways for Williamson. Uh very proud and happy to share with you that we have secured Mike Ford is going to serve as a consultant to work with six districts who have 100% committed to uh the notion of shared programming and services expanding. And so the six districts who have committed are Gananda, Marian, Pilmac, Red Creek, Sodas, and Williamson. Our objectives in going into this uh relationship and having Mike lead us in initial framework conversations is this is very clear
088to us. What are the two priorities? Number one, enhancing our opportunities for our kids to make sure that they are not at a deficit and we're not able to provide them additional courses, especially at the high school level. Number two, sustainability for all of the districts. You heard the list of the names. We all have we are all in very differing places financially. It is not my place to speak about their financial sustainability. What I can say is we're all coming to the table saying we want to think about short-term and long-term. I approached the conversation saying I definitely want more opportunities for our kids and I want to be future thinking and future facing for Williamson around if we continue with the state of the state being what it is financially we will have
089some issues as we travel down 5 to 10 years from now. So those are the two major objectives. The third objective in working with Mike as our consultant is to identify pathways to help bring resolution to those two objectives and I think something you said earlier I'm going to read it to mitigate I wrote it down purposefully to mitigate those perceived barriers i.e. master schedule, bell schedule. Right. So, I can tell you one of the things first the email that came from Mike Ford, thrilled that you're on board. Excited to be a part of this creative collaborative work among six districts in Wayne County. And one of the things I want first is I want your bell schedules. First thing, so it's kind of funny. >> Thank you. >> And again, >> because it's going
090to be too tough. >> The conversation will be about mitigating those barriers and what do we do to move that work because we can't just keep saying, "Oh, we got a problem with the bell schedule. by move. >> Right. >> Y >> uh we have three meetings currently scheduled on the calendars. Uh for the six of us, superintendents and Mike at this juncture. We haven't brought in anyone instructionally at some juncture. I imagine uh Karen will get a little invite, but at this juncture until we've had our first meeting, I'm not certain who we want or need at the table for the initial conversation. So, we're meeting on April 17th, May 1st, and June 1st. Again, we're moving even though it feels slow. Like sometimes you got to go slow to go fast. Couple other
091quick updates. Uh from a personnel standpoint, uh as already outlined in the budget presentation, we are currently in negotiations with WFA. We have four meetings set on March 10th, March 25th, 49, and 421. The negotiating team for the district is myself, Penny, and Angela serves as our negotiation board of education representative. Also important for the board to know that in addition to negotiations with WFA, uh the terms and conditions of employment for the entirety of the administrative team as well as our supervisors are one-year terms and conditions. And so what that means is I will be working with uh both uh supervisors, administration and also our confidential staff. We have three confidential staff uh and we'll have to engage in those similar type conversations like going through negotiations and I will be bringing forward recommendations
092to the board. My hope is to bring to you admin supervisors and confidential staff on May 6th. Uh as far as WFA, that's TB date. My hope is around the same time, but I can't predict how negotiations will go with that group. >> Are you talking with them about the bell schedule? >> I don't know what felt funny. >> Like is there some flexibility? >> That's written in there. Francis, we've done a lot this year with memorandums of agreement. That's what they're for. >> I was just thinking you could write some flexibility in that part, >> right? In case it needs >> The answer is no. And I don't want to create a structure without knowing how this will go, right? Like there are some districts that actually do u block scheduling. I can't imagine
093that we would ever move forward with saying, "Oh, we got to shift to a block schedule and if I do two periods combining one." Um, so I wouldn't want to create some artificially create language without understanding really what our need is as a district. But as we've learned this year, that's what memorandums have agreed for. >> They work well. >> I was just wondering. >> Okay, >> we're almost there. >> Additional personnel item, but I think it's important the board have an understanding about uh you are going to act on a resignation this evening. We have an administrative assistant who is uh resigning. Uh and as a result of that, it really has prompted uh myself and the administrative team to really review and consider uh current organization of our clerical staff. And so we
094right now we're engaging in what I would say is a little bit of a reorganization. Uh so what's noteworthy for you would be uh currently we have two administrative assistants who are housed in the pupil personnel services office. Uh as a result of this resignation, we are going to attach one of the administrative assistants to Karen Hoodie. So the office of instruction right now has no administrative no has no clerical support and so this is an important step moving forward given the depth and breadth of her professional responsibility. Another piece to that I would think it's important that you understand is we are going to shift registration from pupil personnel services office back to district office. Um given the number of uh inquiry specific to residency uh Karen will be the first layer and then
095beyond that it's really been myself who's had to work with the residency issue. So, we're shifting that back over to district office. It makes more sense to have it uh housed there. I'm trying to think if there's any other updates I wanted to give you around that. Oh, one of the other things attached to that with the reorganization because with the res with the resignation, it's kind of forcing us to address it sooner rather than later. We are trying to provide clarity for all of our clerical staff and we are working on a joint articulation document for our cler for our clerical staff so we can say this is what's housed where >> if I might I think what has been brought to attention with the resignation is there hasn't necessarily been the clarity and
096we we may we may have some efficiencies that can be had and that's what we're really focusing on and I want to thank the entirety of the cabinet and then Nancy and Karen At the district level, we spent a lot of time together talking about what's the best path moving forward and so we're going to make that happen. I did want the opportunity for the board to act on the resignation before I share much more with our larger WCS staff, but I am anticipating pushing out a communication to staff around what that looks like tomorrow. Okay. At the last board meeting, March 4th, not May 4th, uh I shared with you that very proud about work we did to launch our first ever Wayne Fingerlakes Career Day. And so uh Penny joined me and Victor
097uh on March 6. Bless you. Uh and it was a lovely event. It was very well uh participated in by school districts. I will share with you openly, I'm not certain if the juice was worth the squeeze as far as the number of candidates that participated. And I'm not alone in that sentiment. Meaning uh the executive committee for the Wayne Fingerlake superintendent, we met this week and we talked about we probably want to get some survey data from all the districts who participated just because it was a lot of time and energy to put forward and ultimately I was able to pass forward uh actually I received eight applications total and how many did I actually push forward to you and KT? Four. >> Okay. Okay. >> Four and five. Okay. But I was only
098able to actually present them with four or five applications. And that was really it was not a full day, but it was more than a half day of time. So, not saying we're going to abandon that because we certainly still need to be attending to recruitment of teachers and operational staff. We had no implications for operational uh staff. Uh but again, it's just a work in progress. So, I'm very excited and proud that we did it and want to think about other models by which we could do it. Talked about maybe a virtual model, etc. Uh, two last things. Uh, superintendent's conference day. Again, not really in the habit of doing uh kudos, but our superintendent's conference day was very well aligned to student achievement. Think about the work we're doing. Uh, pushing boulders in
099math at the elementary school at the middle school, high school level, thinking about rolling out portrait of a graduate. And shout out to Karen. I thought she did an exceptional job putting together the activity for Portrait of a Graduate. Absolutely loved it. I I was able to observe this teachers engaging in the activity and frankly now you guys are going to get to do it too. It's going to be part of our annual report day because I thought it was that good and I think you should experience it and better portray your graduate as well. Thank you. Also, shout out to Cathy at Nasser. And then what's always last facilities. I'll be brief on facilities because I don't have many updates. Uh just that the gymnasium floor at the high school is going to be
100acted upon beginning on March 30th. They do anticipate being done within three weeks. Unfortunately, our high school students will be displaced for three weeks as a result of them having to redo the floor again. So, you all know they did the floor wrong. We're correcting it. That's why. >> Um, >> and so the reason they feel confident about being able to get the floor done in three weeks. Last time it took a lot longer. The reason they feel confident is they're not going to have to strip it down quite to the same extent. the floor that they replaced a year ago. At the same time, they had to uh strip down many, many layers of product. They don't have to go down quite so far this time and so they are fully confident about getting
101done in three weeks. I also want to remind the board that this was originally done a year ago and we have withheld payment because they did not do an adequate job on that floor. So, right now they are in a position where they'd like to get paid for this. So, I think they're they came in. Myself, Penny, uh, Andy Canwell, and Dr. Snyder, we Oh, I'm sorry. And our, uh, I apologize. I did not meet the oversight. Our athletic director, we all went and inspected the floor together. So, we have a common understanding about what the expectation is and we made sure he understood what we were looking for from him and we're not going to sign off on it unless it meets our expectation. So, we're excited about that. No updates on the 2022
102litigation and 25 project. I am happy to say uh Penny and I met with OA in our OACM meeting today. They are prepared to do phase one submission to the state soon. That is roofing and that is elementary school gymnasium floor is phase one and the hope would be that at least a portion if not all roofing could be done this summer. If not, we would have to span roofing between summer 26 and summer 27. And that concludes my report for this evening. question. The high school gym floor. Since spring break is so early this year and clearly spring has not really arrived, do we have a plan in place for the high school spring sports if they can't? >> I'm going to defer to Dr. Snder to address and I'll defer to our athletic
103director. We have used that for the beginning of spring sport. >> So utilization of the other gyms. >> Okay. And also we could just pivot to >> I also reached out to Marion as well so we can um they're down some team so we can use their gym floor as well. >> And for PE classes >> we are going to utilize the hallways the auditorium for some athletic based movies and >> like Rocky like >> last year last Titans was >> I just heard Saturday they watched like a documentary about curling I think last year. >> Yeah. Yeah. >> I just was curious. >> That's Yeah, that's why we can't go outside. >> Yeah. And the plan like like even this week I know Mr. Hur >> hopefully outside. >> We are very excited to
104get that floor finished. >> I know. just >> I'm anticipating I'm anticipating comments from kids like we don't have a place to practice. So that's why I >> So Ronan, can you please take back and during forum make some type of a statement >> that we want to get the floor done. We had an opportunity to get it done 3 weeks. You can even explain the rationale behind why they think it really will only be the three weeks. They don't have to strip it down quite as much. >> And it's also only two because we have spring break in there. >> That's right. So only two weeks. >> So don't use air quotes. Three >> three weeks everybody. >> We also did this last year too. So no reaching out >> but I think it
105was later in the year >> because we also covered spring break. >> It took more than three weeks later in April. In theory, it's easier to get outside in midappril than it is in March. >> Did you have a question? >> Yeah, please ask. Um, what about the tempor right now? It's insufficient that >> there are a number of issues. So, they put the product down and there were like >> pieces of tape. There's like uh not hazardous materials. There's a number of materials that were not swept up and they were they put all of the final coating down. So there's inconsistencies in the floor. Another thing and probably most important is if I think about the central logo, the central logo is offc center. It it literally is tilted. You have to look closely
106for it. But it's unacceptable. We spend a lot of money on the floor and we want good product. Not for nothing. We walk in there, love the window clings, whatever they're actually called. I call them a claim. It clings on the windows. They look amazing and we're spending a lot of money on it and we expect and deserve high quality work. So we're going to take care of it for you. I think some of the paint on the lines >> paint was coming out there different mark >> paint came through the the color on top. >> Yeah. So like the primer wasn't right >> and I think there were some lines that weren't put down like there's a foul line on >> lines were put down. Basically, they didn't do what they were supposed to
107>> three weeks. >> It was a less than acceptable work product. Yeah. >> And you deserve more. >> So, we didn't sign off on it. >> So, as much as you're inconvenience, that's the rational behind. >> Thank you. >> You and the community deserve better. >> I like that. >> Okay. Thank you. Yeah. Um, so in between reports from district administrators and district committee reports, we're going to revisit the budget workshop discussion because now we have this other data. And I guess just to anchor the board back in the question before you is we're looking for board of education input surrounding your tolerance for either applying fund bal anticipated fund balance which means excess at the end of the year or taking reductions to balance the budget. We anticipate that if we get the approximately
108$95,000 for the extra 1% that that really only leaves about $125,000. In the interim of us knowing that we likely will get that 1%, my recommendation would be for us not to take a reduction there to say we're going to fill the gap for that and say we'll use fund balance. So really I'm asking about the additional 125 and that potentially is between one and four additional staff members reduced >> in the fund balance again was like 1.2ish >> uh between 1.6 and 1.7 >> these are initial >> guestim a guestimation >> so to I think you said earlier Bridget like >> the 125 is roughly 1%ish round numbers of the projected fund balance. So the question is are we comfortable using that 1% to get the other 125 or are we >> well 10%
109>> sorry 10% >> right >> I was like 1%60,000% is the wonder >> that's why 61% so 10 are we comfortable using 10% of that anticipated fund balance to close the remainder of the gap which is roughly $125,000 or are we not comfortable doing that? And if so, to what? Like what's the right number? If it's not 10%, what is it? And recognizing that whatever the differences comes from reductions. >> And again, the reason this is brought to you is because ultimately this is a function of the board. Penny and I are hired and employed by the board of education to provide you recommendations. We've made recommendations and we've gone as far as we feel we can go without anking without calibrating I guess better with you to understand what your threshold for that is.
110Again, we could certainly use >> I'll go first and give you my opinion given all the boulders that we're trying to move and that some of this would impact classroom size and that kind of stuff. I would support using the funds balance to close that $125,000 gap. >> I think to me we're not supposed to vote on it though. Okay. >> Oh, no. I know. But I'm like >> to me we're too early in that trying to move those boulders and it feels like you would undo some of that. Like the >> the momentum you're getting you're gonna undo in one fell swoop. Yeah, I agree. So to me, I can't imagine going to three teachers as opposed to four. I can't I can't I can't can't that's not rational to me. And what we're
111trying to do everyone here what we're trying to do is we want our kids to be awesome. We want them to come out of here as holy cow look how prepared our students are when they graduate. And if we take the teachers away at elementary school or any level, we handcuff ourselves and our students. >> And I don't think we'll make enough in interest to make up for four people being here in the lives of our kids. So that to me is not >> we don't have enough bodies as it is and that's already already placing people and just thinking about and small comparative said but we're already having teachers sub on their off times and I can't imagine being done. >> Thank you more >> I guess two comments. Number one commitment this year
112doesn't mean next year we will have the same conversation. Penny and I will do our darnest to get you down to a place where here's where we're at. We need your input on how you'd like to proceed because again it's really a function of the board. And number two, uh thank you. It is challenging to think about taking additional significant reductions knowing it's likely we're going to end the year with a a decent fund balance, right? At the same time, we have to balance that short and long term. >> So, and that's why we said we're at a place where we have to stop and we need to hear from the board. So, thank you. >> Yeah. 125. >> Yeah. If it was a bigger number, we might be having a different but >> to
113me $25,000 to keep the work >> instead of Oh, wait. We took 10 of steps forward. Now we're going to take five. >> Right. Well, and the interest is if if it's at the highest one here, you're talking $4,000 that we might make off of that interest. That's not much, right? >> Yeah. Keep that in there. >> That doesn't make sense. >> But again, We want >> Thank you very >> You always want to be better, right? >> Yep. Cycle of continuous improvement. >> Y >> Thank you very much. Appreciate it. Julie noted we will be able to balance bus tomorrow. >> I'll be calling her in the morning. Are you done yet? >> And that's not really a joke. I think I call her every morning. 7:30. Hey, this is what I'm thinking. >>
114I do wait. I >> Thank you. Okay, back to the original uh agenda. Uh district committee reports. Um we had safety committee on March 11th and the wellness committee was rescheduled to today. I remember over >> um district events. We had >> Oh, we missed one. >> Oh, what did I miss? >> District safety. Did anybody talk about it? I didn't put anything. >> I just said it, but uh Did anybody have anything? >> Oh, I'm sorry. You weren't there. >> I was not there. >> I'm going to give one quick shout out. The group was outstanding. Those who made the district safety team. Uh we are charged by the state to review our district safety plan. We had an excellent turnout. Uh small groups review different portions of our district emergency response plan. Looking
115at our remote learning plan, our extracurricular plan, and also our district level emergency response plan. The feedback is outstanding. I just want to give a huge shout out to everybody who participated. They really anchored in and took the the professional responsibility very seriously. >> Was anybody I take it for educational purposes. >> Juniper forgot her science project and I had to do a detour before I made it to work. So, sorry about that. >> You're fine. >> It was a small group. Y >> um district events we had to speak to it. >> We talked about the wellness day on Friday and some upcoming building events and uh there's lots of fun things planned for our staff and students to be well. >> Thank you. >> Um so district events we had the end of
116the 25week marking period on March 6. Elementary School all county was March 6th and 7th at North Rose. We had the su senior citizens preview of Mamma Mia on the 12th. Superintendent conference day as mentioned on March. Um UPK and kindergarten registration was also due March 13th and middle school and high school interims were available that same day as well. And then the high school musical was also March 13th and 14th. And we had our board of education budget workshop at 4:30 right before this meeting. Uh 4ount school boards association and rural schools association. I know we mentioned it last meeting. The general membership meeting for 4 county is May 13th at 5:30 in Geneva. And Bridget and Ronin are going to be there and Ronin is presenting. Kelly, do you know if the top
117had one the deadline is to >> We have plenty of time. It's usually like the Friday before, but maybe it's because it's a big one maybe like two Fridays before. So >> when we get closer, I'll ask everyone to come. >> Okay. >> Anybody have anything else for for county or rural schools? >> I successfully secured my seat. I'm on the board. Rural school. >> Congratulations. >> Thank you. Okay. >> Um PCSA Hi. >> Uh, quickly start out um for anybody that is planning on attending from our admin team or if our board wants to come, we had to reschedule our May meeting from Tuesday, May 12th to the 13th because we cannot be doing hospitality at the fourth grade concert and holding a meeting at the same time. Um, also again, I'm going to
118continue to bring it up. We have our officer nominations for the 26 27th school year coming up in April with the vote in May. Um we are also starting to look for um a new student rep in the high school. I spoke to our current student rep. Uh she's been our second one and it has been absolutely fantastic having her there. Um she's I think she's honestly grown so much and just done so much on her own taking the initiative. It's been great. So, I've talked to her about starting to think about who she thinks would be a good person to start talking and then um we're going to look to come in during forum to do a brief presentation. Um uh last weekend we were at the high school musical doing both the flower
119sales and the drama club asked us to do concessions. It went really well. Um we also shout out to our food services team. They baked the cookies that we had out at the table. They were delicious. Kind of miss them from being a student here. Um, we're continuing to work on our create with kindness program that will be on April 28th. We have our next planning meeting scheduled for tomorrow. Um, at our last meeting earlier this month, uh, we stopped Easter eggs for the senior Easter egg hunt that is scheduled for next Friday. Made record time in our own meeting. We were done in like 45 minutes. It's fantastic. Um and then we will also have volunteers uh up at the high school next Friday to hide the eggs during um forum. Uh next week
120um our teacher appreciation team they have coordinated they are doing sunshine carts that will be in each of the buildings as well as like smaller little baskets. um sunshine carts. It's just a cart loaded up with different snacks and waters and sodas um that either a PTSA member or the admins from the building will walk around and it's for our teachers. So, it's just a nice little thank you before spring break week. Um we also had our spiritware sales that closed out last week for the elementary school. Um we actually had 260 shirts purchased which is really exciting. Um, and then coming off of that, we also received a donation um to be able to purchase um a bunch of extra shirts that will be supplied to incoming students. Um it's still being discussed of
121which students it will be, but um it's been great to have a donation so that way we can start to bring in um and welcome new students to the building that way. like new students from out of district or just new students who building >> um right now because it's targeted for elementary students. So it I I guess it would be new students either into the district altogether whether it's a transfer or new to a certain grade. Um that part's still being finalized but this right now um they've asked us to earmark it to be used towards spirit bar shirts for students. Thank you. >> Okay. Board reports. I need a motion to approve the February treasury report. >> So move. >> Second. >> Any discussion? >> All in favor? >> I oppose. Passes. Five.
122Um to the consent agenda. I need a motion to approve consent agenda items 5B through 5. recommended by >> so moved. >> Second. Any discussion? >> All in favor? >> I'm sorry. I did have something. >> That's why I was >> I apologize. I was trying to see where you were. I apologize. Uh I'm I'm sorry. So on 5F change of appointment, it's important to note uh the change of appointment reflects at the time of appointment, she should have been identified as a one to one. And unfortunately when the board took action she was noted as a classroom aid. Why that matters is because our seniority lists are based on board appointment and she should have been identified as a one to one. So this corrects for that as outlined in a current IB document.
123Thank you. Any other discussion? All in favor? Oppos? >> Passes 5. Um I need a motion to approve the retirement resignation as presented. So >> any discussion >> wish her well thank her for her years of service I know she will be >> all in favor >> I oppose passes 5 uh moving on to old business we had a discussion about the annual report and project gave us a sheet based on our survey compilation document of your survey results as well as any other anecdotal feedback that was provided. There were a couple emails. I will present to the board. Uh knowing the person seated next to me, she's strongly and analytical and what that means is she likes some lead time to digest what she's looking at. I'm wondering if there's two pathways tonight. We
124could have you take the time to review the data this evening and discuss it andor we could say you have some homework for our next meeting and potentially after you have had an opportunity to actually review what's in the data uh then come prepared to make recommendations around what you want to see in the annual report but ultimately that's a board determination on how you want to proceed. >> I'm okay reviewing it and then bringing it like add it back to the next agenda on April 8th. >> Did I keep saying fourth? Yeah. date version. >> I know. I said after you said it. So, >> I think you gave it to me. >> Is everybody okay with that or do you want to sit and review that one? >> No, we're good. >> So,
125we have homework for >> Why did you pick that date, Jeff? >> 7:24 p.m. >> Oh, see, I was thinking you were there. I was I went a whole different direction, Jeff. I I mean I don't want you know what the students to think that we're here this late every night >> right >> you want to get our >> administrators on you know we want to go home >> new business >> uh I need a motion to approve the memorandum of agreement with WFA and employee >> so move second >> any discussion all in favor >> I opposed passes 5 I need a motion to approve the memor Memorandum of agreement with WFA regarding athletic program assistance. >> So move. >> Any discussion? >> This MOA reflects the conversation that was had earlier in our
126meeting this evening as presented by our athletic director. >> All in favor? >> Opposed? Passes 5. >> I need a motion to approve this. I always say this wrong. seek a resolution for the 2026 2027 capital outlay project of the high school interior exterior doors. >> So moved. >> Second. Sorry. >> Any discussion? >> Um just that anytime we do a capital outlay project or capital project um we have to do one of these broad resolutions just to confirm whether there's going to be any um environmental impact or anything. >> All in favor? >> Opposed? passes by Z. I need a motion to approve the first reading of the following new policies. 7410 extracurricular activities, 7512 student physicals, 7513 medication and personal care items and 7514 students with threat and health conditions. So move. >>
127Any discussion? Just want to point out uh this reflects our district initiative around a vulnerability we discovered in our health office recently. I've been working very closely with the medical director as well as our nurse coordinator and it is the recommendation that we move forward with having policy uh to ensure that we have uh ease of location of the information for our families and to best mitigate risk for the district. All >> in favor passes 5 athletic programming. My pleasure to welcome our athletic director back to the table to talk about a new exciting venture. Please be openminded. I before I get started, I just want to thank you for all your time and energy around trying to be responsive to student voice and student requests for additional programming specific to athletics. I think this
128is an exciting one. Ron, I think you're really going to be happy tonight. So, Ronan, uh, when one of the first board meetings, uh, you were at, you presented on what these students wanted, and you said they were interested in tackle football, and I told you and the board that I was going to look into this. Um, but I'm going to go through a timeline here of how things transpire. Please ask questions whenever. Um, hopefully it's not too long. Um, so in August, a school district, I'm not going to use names, uh, reached out to me for a potential football merger. And, uh, I told him, "Not right now. We're not, um, we're not exploring football right now." And then in September, Ronin shares that we have student interest in football, ironically. Um, so I
129went to my monthly uh, Wayne Fingerlakes AD meeting and we all sit around like this and I said, "Well has student interest." and it was crickets in the room quiet. And there's a variety of reasons for that. Um, so if you think about beds and classification, so um, if there's any type of merger, so if it's, let's say, us and Lions, we take on we take them on, we're taking 50% of their enrollment and that increases our beds, which can potentially push us up in classification. Um, that is >> is that just for that sport or for all? That is for all sports. >> All all fall sports or all sports all year? >> I understand the question. >> Like if you if you did that for football and you >> It's just It's just
130for football. >> It's just for football. >> Okay. That's I guess the primary school would be right. >> Correct. >> Thank you. >> If you don't So we merged three for wrestling. So it's not 50% for the third team. I believe it's 75%. So the more you add, the more um boundaries. >> Okay. >> Yep. >> Um the other reason would be their standalone football program there already or they're already merged. And if you think of Wayne County um area football teams, they are typically merged with another school district. Williamson and another are the only two outliers that don't have a program. >> I have to get a quick question to the board. When we explored the possibility of doing shared athletics, we consulted legal around if there's not a need, what is the language
131that legal gave us around your role as a board supporting emerg from a merge team? There's language specific to this question. >> It's arbitrary and capriccious. Basically, you're we are collecting money from our taxpayers and if there isn't a need for us to have a shared team, it could be deemed arbitrary and capriccious use of local levy funds to have a shared team. So, this is a perfect example of not only just for us exploring that question, them being at the table talking about football. The same principle applies. It would be arbitrary and capriccious for us to say, "Hey, we got five kids who want to play football and they don't need us." So it would be arbitrary and capriccious for them to welcome us on that team. Same principle applies. I'm sorry for the
132interruption >> because sitting around that table there I'm sure there were other athletic directors. Yeah, let's get Marion or let's get Williamson to come over and um help us out. But for that very reason not happening. So time moves on and I actually get another district reaches out to me and said hey um we actually are interested. And uh we sat down had uh many conversations the coach myself um athletic director and in the end they it fell through just because of uh that reason that Miss Ashley just shared. So, I uh reached out to the district that initially started the whole conversation um with football and said, "Hey, what do you think about coming to Williamson? We can we can have a discussion. Let's look at logistics. Let's look at everything. Let's have a
133conversation." And things were it was good. Brought it to Natasha and she said, "Let's let's pursue it a little bit." And um turns out uh I am excited to share the potential opportunity for our students to have a shared football team with Bishop Carney. >> So that's uh might be strange to hear because if you don't know Bishop Carney is a private school and we are a public school. So the first thing that I did with with Bridget was okay we need to see is this legal. So I called up Kathy Hoy um section five executive and is this legal? Yes, by it is legal. She gave examples of different school districts. Betavia Notre Dame there's a handful. Um then uh second my notes, >> but we'd have to participate under the public school athletic
134association as opposed to the proial if they want to go that route. >> Correct. So, because they're private, um I met with Kathy to ensure that we it could be legal and then also Bridget reached out to our legal to make sure the same is true and they got back and said yes. >> Going back to >> some consideration >> your league. Are you talking about the league schedule? public if you could participate because we're a public school if Bishop Carney was was the host school we they wouldn't be able to say we want to be in a proial league as opposed to public high school league right because we're public school district >> we would be in a private parochial the league yes >> okay >> so we would follow district schedule and something
135that benefit them is they have a hard time getting additional football games so we would play Finny or those schools, but then I can also reach out to Red Jack or whatever to schedule a game, but we'd be on a private focus schedule. >> That's my question if you were allowed to do that. >> Yes. So, um it's why are we doing this? The student interest. So, there's a demographic of kids in in Williamson that aren't um we're not representing. And I I think by offering this would be a great opportunity for them. I'm sorry. right now because >> so um here's the the meat and potatoes of it. Uh myself and Jamal Martin the athletic director of Bishop Card and we got together and we looked at the shared agreement that I shared with
136you couple months ago and we started outlining everything. So looking at the cost, equipment, um coach, log, name, transportation, all of that. And it was very very um warming to hear that they they want us. And I asked them why. And Bridget said the same thing like she stopped her talking. >> Why us? I think it's because of our reputation. If you think about our athletics in the past couple years, it's been it's a high standard and we we do a great job here. Um we are one, like I said, one of the two Wayne schools that are not in a football program. So looking at cost, that's the big one. Um immediately Bridget asked, it's going to be very minimal. Uh for equipment, uh Bishop Carney is going to pay for everything. Transportation, they
137are going to pay for majority of it if we decide to do this. for logo name they are very much open to a new logo so uh example >> warriors >> even >> I see what you did that's >> legit >> so even though they're the host >> even though they're the host team or host school >> they're open to using a different >> they are as opposed just using theirs because >> yeah they they want it to be inclusive and >> I don't even know what >> so an example of dispense sport and hockey the report side so we can get creative and okay >> involve the students to see what a name potentially could be >> um like I said transportation uh they would help out with transportation I I share right off
138the the beginning that it's been an issue here and especially if we're going to be going a half hour to Bishop Carney that it it could be challenging And they said we can send a fleet of vans. My head went >> a fleet. >> Yes. >> Private sector easy. Public sector not easy. >> And then they brought >> conditions. >> They brought up the idea of how about we practice it in Williamson. And I said, I love that. >> So they would bring their students out here. >> Correct. Okay. >> So they half the week they would come or we would go to Bishop Carney, the other half they would come here >> for fall football. >> Fall football. >> Miss Taylor and I were were talking today and she asked the same question where
139there's a handful like we could do it right here at the elementary middle school. Um and then after this conversation today at the town park with how receptive they were. There's a lot of open space there. So do >> we need to have a minimum number of students from Williamson sign up to >> participate to make this work. >> So that would be in the shared agreement. Um part of the next steps would be that the coach, athletic director and principal would come out to form I hope and present like student interest who would be and if they break down five then we can move forward. I don't know that number yet. >> As because they're willing to pay for all this stuff. Is there a we'll do it for five kids, but we won't
140do it for two or like what's the >> how willing are they to pay? I guess >> there will be, but they said it would be low because the hopeful that we can build it up over time. >> Okay. >> And that brought the question of longevity. Are they just going to do a one-year thing like this it didn't work out, we're going to get rid of it? And they said no. and they can actually commit to that and put it into the agreement as well. >> So, we potentially could back out if it didn't go well for Williamson, but they're saying, "No, we want this and we're going to make a commitment to it." So, they could write it in the actual agreement. >> Sorry. What age level are they looking for? Is it
141high school? >> High school or just >> is it modified? >> It would be 9 through 12. Um, so it would be varsity football only. there's no JV football. Hopeful down the line it could turn into modified football. >> So even though it's varsity, they're open to 9th through 12, not just juniors and seniors. >> Yes, >> they're open to ninth graders who've never played before. >> Well, sure. >> If they can be taught, >> I think a couple of administrators have some questions too. >> So Karen had one and I said, "Please just ask conversation." >> So if we have students interested, is there a trial process? Like I don't know the size of their team. How do we how does that complent each other? >> there is no um try out process in
142football per se. It's pretty open sport. If you want to play your own team, >> um you can keep as many rosters spots as possible in football. And it's also boys and girls. It's not just uh boys. >> And and I is there a specific number of students that they want from us? I don't know if you mentioned that. He's telling me it's going to be a low number. I would say five or under. It could be even lower. Um you >> But is there are they looking like we'll take 15? Is there also a max so gracious? >> There there's so much opportunity here. So if they get five kids in the next year we have 10 more kids come out like it can turn into something. I always wonder about things being too
143good to be true. Like my first wonder was private schools really struggle with enrollment. >> Can there be something in the agreement that they won't offer free scholarships to our students to attend their private school in the future or things like that? >> That's an excellent question. >> Sure. >> Well, that's right. >> Next year, oh, I can just go to Bishop Carney for free. >> That's right. That's an excellent question. we could. My my hope is that in good faith we're doing this together and trying to build something um and make it great that that's not going to happen. I also think there's a bad rap with private schools that they're out there just trying to recruit all the time. It is happening, but it's not to the degree that everybody thinks. >> And
144we don't have football, so right now this is like this is a new partnership. This is this benefits us. >> I agree though. >> But that's interesting. So >> if that could be for five students we're losing kids tonight. >> So they have enough for a football team as it is. They're just looking for >> to bolster. Yeah. >> Just >> and I don't know if you they're building a new fieldhouse and um on their campus. Uh they said we can go as much as we want. If the football team wants to go um work out, train over summer. a lot of opportunity and um it makes me very very excited there. They would also pay for a Williamson football coached so Williamson staff member whoever not staff member but coming out of their budget.
145So like if we move forward, we would >> coach for a Williamson Williamson based football coach that gets paid for by >> probably very similar to our bowling team. >> Okay. >> So our boys bowling team is a Williamson coach. >> Tell about the home >> but it's hosted in Sodas. >> Tell them about the home games. Like you're trying to work >> I would love this. Um, and they were open to it if we could have had one and that could turn into maybe more home games. So, a true not true homecoming, a homecoming with soccer, football, volleyball, all the fall sports. That'd be pretty cool. Friday night under the lights. >> I hear another, >> but then we'd have to field. >> You can get board ones just so we rented one out
146for a game to bring them in and get them out. >> Huh. >> Our field is big enough. >> Yep. had looked at the field dimensions, we're we're good. >> Would this take away from other fall sports? >> What's five students? I mean, good lord. >> So, did you just say what's five students? >> Five students. >> Well, >> I had a dad. >> It wouldn't uh right now. I don't I don't think it would pull from any other fall sports. Like I said, there's a demographic that really wants this that we're not targeting here. I did make a pro and con list. A couple other things about the private school, that notion, it's a Catholic school, so we'd have to openly we we discussed it and we don't I don't think um and Jamal
147doesn't think it would be an issue at all. Um us going to the city or this city coming here. I mean, we're talking quite right. So, when you say city, we're talking about suburbs. It's west, isn't it? >> Well, and I think part of recommendation was just making sure that part of the shared contract agreement addresses that notion because we are not a Catholic school. So, we have to make sure that we're on it. We are a public school. >> But one thing I do like about >> would include language around that. >> One thing I do like about Williamson and I think you were going to say it also. Um, athletically we have been successful, but also we have a good reputation as being kind, correct, students and being kind athletically, which is a
148big plus >> 100%. Um, >> it's true. >> We have a great reputation. Going through my pros here. Um, expands athletic opportunities based with clear student interest. Uh, the demographic part strengthen the relationships with our neighboring schools in a sense. So just the scheduling I guess with uh, Gdanda and East uh, East Rochester, sorry. Maintains flexibility through a shared model. Enhances student engagement, school pride and overall experience. Some considerations. So, the transportation, is it too good to be true? Like Rob said, are they really going to send this transportation to us, pick us up, bring us back? Um, alignment expectations between districts, which that can change year to year. And the big one, uh, Bishop Carney went undefeated last year, 8 and0. Every year they are subject to a classification review, meaning in that AD
149meeting, where does Bishop Carney belong in class? So because they were undefeated, let's move them up to class B. So just >> do they move based on peds as well or is it based on >> it's other formula? >> Oh, that other formula is that preview every private school. >> Gotcha. >> Brian, how would that negatively potentially impact us? So if they were moved up a class, what compromise could that be to the partnership? >> I don't think it would be a compromise. It would just make the competition that much more difficult. Could be a morale. >> Would they be farther away? >> The games actually would be closer if they were moved up in class. >> I mean, even though it's 30 minutes away, it's like it almost can't get better than a screenshot.
150>> I mean, >> it's pretty awesome. I would like to talk about injuries or anything like that but if they get injured is it under the umbrella for insurance or >> they have to provide we would have that has to be part of the agreement medication. Yes. So insurance would absolutely be a part of the agreement. >> They have two school trainers so they would bring a trainer to to us. >> Is this all after school or because football goes in the morning after school? So our kids would be >> they could. So in the summer with football typically it's two practices a day. So and Kate asked me the question like what if they go two one in the morning, one in the like I would work with Jamal to make sure it's we're
151going to go in the morning or we're going to go in the in the afternoon. >> Okay. >> So awesome. >> What are our next steps if you want to pursue it? So next steps would be I create. So we're in the process of creating my plan was to bring that draft today and go around go through it with you. It just with our schedules it didn't work out. Um so we're in the final final stages. Um so complete that then I'll get with Bridget and um the I forgot what he's called. He's not a superintendent in Bishop Carney and dean or something. President President's counterpart >> just to make sure everybody's on the same page. Um they really want this to work and they really want us. They can go out and get a
152couple other districts around. Um which makes makes me feel proud like that's >> I was just going to say it's nice to be the school district that they want. >> And then after that it would be um going to going to you So it would be the shared agreement. So again, just thinking about moving forward with all shared athletics, there will be an agreement and part of board policy is that it has to be passed by the board. So that's why it's really important that you have all of your questions answered. I certainly wouldn't want Brian spending any more time, energy, and resources in this venture if there was not going to be support from the board. Are there any other questions or concerns that you have prior to feeling confident we could move forward?
153>> I'm curious how many students uh were interested in general. Um, I don't have a statistic on me, but it's something I can point to if you >> Yeah, just a guesstimation or >> that's their big question. That's why they want to come and see how much >> get them over soon so we can >> Yep. get the ball. >> Realistically, you need to talk to the current eighth graders who would be ninth graders next year. >> Yep. Yep. >> Yeah. >> I think we're going to be producing. You going to have like people raise their hand if they're >> Yes. >> No, it would be I don't know the what it would look like, but it would be some type of sign up um >> or we reach out and the coach will send
154digital information to the student. >> I think the community is going to be overwhelmed with the amount of kids that actually will want to sign up. >> How many Right. >> No vans. >> Well, and there's a difference. There's also between a kid saying, "Yeah, I'm interested." And then their parents going, "Yeah, you can do that." >> Correct. >> Because ultimately their parents have to go, "Yeah, I'm okay with that. I'll sign you up." >> Yeah. And I I know Rob um Rob and I played football through our our high school career. It's a >> yearround sport and there's a lot of Yeah. I want to play football. We don't understand the commitment to that. >> Yeah. And their families may or may not be okay with that. So, >> and his strength sports as
155well though like a student track. >> But I'm curious if they kept I know you said they had unlimited roster spots, but if their cap was we only wanted say up to 20 students and then we had 40 that wanted to play on our school. How do you roll that down? >> Great question. I don't want to >> I don't I don't just a thought >> probably some type of evaluation of of the kids skill >> of baseball >> which by the way is constitutes a student record and you'd like to provide that if asked right here. >> Uh could we take next step if you think of any additional questions please send them along to me and then I will make sure that either Brian gets answers and or when we have our meeting
156with the counterparts at Bishop Carney that we get answers for you. Yep. I think he said this already, but I just want to make sure. When you asked when you talked about sustainability and longevity of the program, we Williamson could try this and if it didn't go well, like if it really was too good to be true, we could back out. >> Correct. >> Can I make this is too good to be true? Well, like if you're saying we'll give you transportation and the transportation is unreliable, so kids are not having a good experience because they're not getting picked up and they're missing part of practice. Like I'm just trying to come up with an example, but >> would there be hookups? Absolutely. There's going to be hiccups if it goes through. >> I would
157have played soccer if I knew that this issue or whatever sport in the fall. >> But I made sure that we could back out and that if we are going to try it, then we're going to try it for x amount of years. We haven't decided that yet. >> Okay. >> But the agreement would be subject to renewal every year. So just so you went horribly correct, you could say, "Okay, we did it for this year. It didn't work out. >> We're not going to do that." >> Correct. >> Huge shout out to Brian's working. I'm super excited about this as a possibility for so thank you for >> I love the proactivity. >> Yes. >> I'm still excited about the $10,000 in the budget. Like I'm still excited about that. Just adds to that,
158you know. Oh, was that part of it that would actually pay off the difference on our budget? >> I mean, Tom Dalisano is a big supporter of Bishop Carney. So, >> thank you, Brian. >> Thank you. We're not waiting on the agenda. Also, >> also new business, high school gymnasium athletic banners. Uh, so the athletic banners in the gymnasium at the high school. There's been a number of folks who have made inquiry of Mr. Rock as athletic director around doing some type of replacement. uh he brought forward the questions and concerns and my response to him was I think we should get some board of education feedback recognizing this is not a governance question. This is an operational item but just the cultural and institutional sensitivity around the banners. And so I told Brian that
159I would ceue him up by saying that and then pass off to him so we can share with you really the nature of the inquiries and what his thinking is and then certainly secure some feedback from the other. So since my appointment about a year now, so um several community members, students u have approached me at various times throughout the year saying, "Mr. Rock, can we get um new banners? They they're fading. Um they don't look great." However, I understand the historical meaning of of those banners, and they mean a lot to a lot of people in this community. So it's a it's a hot topic for sure. Um, however, I think it's one that needs to be had with the amount of money and time that we're putting into the gym floor and the
160facilities. Uh, the what you call them >> the planes. Thank you. >> And having like I said the other board meeting when Holly came in and they said Jim um and I could see to some extent what some of the students community members saying like they do they don't really match with the new um changes in the gym. So, key considerations, um, is there a way that we could get new banners? Um, I do believe that it would be a, um, zero or neutral, uh, cost, so it wouldn't cost a district anymore. I could come from my budget. Um, but is there a way that we could get new banners and still preserve the history of uh the banners that are up right now? And what that could look like is a variety of things.
161You can do a wall of honor um and put a new banner up every year in the every month in the high school. um just creative ways to um still showcase those banners with getting new ones as well. Like a rot like so of all the banners that are in the high school you see now like a rotation some once a month a new one come >> a new old one >> I was confused one that's >> I'll get the question honestly once a month like hey when you get rid of those let me know I'll I'll take it from you and I'll buy it which we know we can't do Um, >> it's revenue. >> Revenue. >> Oh, dear creative monster. >> It's a revenue. >> So, I guess my ask is what could
162we do as to try to still preserve the history of the banners and also get new ones up there? Is there a way that we could >> I can't think of >> Do we have out of curiosity? Is there a lot of a lot of space out there still to put banners? >> So, I'm going to share. I asked knowing this was going to be on the agenda. I was when I was standing in the hallway last week for the baseball trial thing. Um, I peaked in the gym and I did some informal asking of students and adults and one consideration that I had not thought about but a students immediately brought to my attention is space and rattled off and I'm not going to get the right number but we have x number and
163it's more than a handful of current within the recent years students who are still in our buildings. sectional banners that have not been hung because there's not enough room. >> Gotcha. >> So then I go, "Okay." And then the student follows up with other and that's probably what you're showing. Other schools, which I know I've seen this when I go to like basketball games in other schools, don't have a banner that says varsity girls indoor track 1982. >> They have a big banner that says varsity girls indoor track and it lists all the years. So you >> not that you have an unlimited amount of space because you have at least one for every sport. And I've been in gyms where there might be more than one for a specific sport, but it frees up
164a lot of space. So if you move to something like that, then the things that these kids have earned, yeah, like this, >> the things that these kids have earned, you could actually display. Whereas some of them, from what I'm hearing from students, are god knows where in an office somewhere in a box in a closet and they're not actually on display. Even though >> pictures we've just earned them, but they're not up for the kids to see. This is what I'm talking this is what you're talking about. >> Yeah, I've seen that in other schools. >> Yeah, for sure. It's huge. >> So, if it's a matter of I mean, I've seen it in other schools where like that one said tennis. I think there might be three for tennis cuz they've won so
165many years. But three of those versus I don't know how many years fit on one. >> It like at some point you have to take some down to be able to put up the new ones if you have individual. >> Right. So going around is I just created a draft. I went in the gym and took the years and then put these these are actually real. Yeah. >> 1942. That's awesome. So, um, to my point exactly in my notes, visiting other districts, it's clear that many other schools are doing this and they're modernizing their gym, um, specifically to space and are still preserving the historical date that went along with that sectional title. >> So, I was thinking, so I like the idea and I was thinking, you know, if you look at some of
166the banners and they have, I think soccer, I'm trying to picture some of them. I know I've seen them. There might be a soccer player on one of them or there might be a I don't know puller or something. >> Can you do something like that and still make the little images of what the little the characters the characters are >> like an icon for that represents the sport? >> Yeah. >> Create it as you want. >> A question came up. What if a team wins states? Well, then we want to put state champion up there of >> whatever. >> Yeah. because I I didn't look that closely at those, but I've seen ones in other gyms where it might say um varsity tennis sectional championships and there's a list of years, league championships, and
167a list of like state champion. So, they're different depending on what it was that you won, but it's one banner for each of those accolades that list the years instead of well, we won I mean, we've had teams that did it league, sectionals, and states all in one year. That's three banners versus you have three banners and you're just adding a year to the >> just states. >> It could be whatever we decide. That's my >> Yeah. >> So my question for the board would be what considerations do you have as the elected uh board of governance for the district around the sensitivity for the community? So again the reason we brought it forward without just saying yeah you have the money it's cost neutral go ahead. It's operational. It was really more about just
168trying to be mindful and respectful of because frankly neither Brian or I live in the community. Our children haven't attended here and we don't want to be insensitive to community folks who might have a different feeling about it. >> So I'll just think out loud. >> You have banners 1942. I don't know how many people in the community remember that. And then but then you have let's be hon let's be honest um generation is >> um but all the current ones are not on the wall either so the current students can't see those ones right >> so what do we those on are just sitting in a closet somewhere or whatever. So, who are we? >> What do we do with those? Really is the question. What do we do with those? Well, we're not
169honoring the current students because those ones aren't on the wall, right? probably not as many people around to honor the older >> I mean if I were to have one in an old alma mo and we're not going to repurpose the older ones we're going to consolidate them into one I would try to reach out to any past participant to say if you're still around >> two if you're still around you want this banner again a revenue generator >> as you get to more recent years there's a lot of are you still around left if you're talking about one and I didn't look at the but if you're talking about one that's you know >> it could get contentious >> I like what you're saying I like the rotating installation >> I like that that's
170a way I don't I don't know that we're positioned right now to think about what we would do with them I think the purpose for tonight was to say are there other sensitivities you would ask that are considered prior to him being authorized to say yes, let's do it. So again, we'll do we'll have community members that if you don't communicate well what you're doing and the purpose behind it, we'll come into the gym for pick an event, a basketball game, graduation, whatever, because there are people who go in there for various events. And if it's their first time in a while, and they come in and see, oh, all the banners are gone. Where did they go? they're going to start asking questions if I could see that being a topic on Williamson families.
171What happened to all the banners at the high school? >> So just thinking about what's the platform by which we have access to everyone and it's the what's happening that goes to everyone. So Mr. Roco, it could be that in the next what's happening with June June. Well, we probably would have >> Well, you could also push something out on our social media which people see. I'm just I'm just throwing out there if you remove them even if you don't dispose of them but if you remove them and replace them there will be people from the community who will come in for you know my granddaughter's graduation or whatever and see oh they're changed and want to know what happened where are they why did we do it >> I think we're going to get
172that regardless I think if how approach it with if you overcommunicate what we're But we're going to get that regardless from >> I think you will. But I think if you're ahead of it and say this is what we're doing and why we are doing it >> and how we are doing it and what we are doing if we have plans for the >> stuff that you take down that minimizes some of that >> what happens with some of that. So if they walk in honor and it's indicated that it's a thing they can see that time. So, with the new banners that hang upright and they're typically longer in half the years, there's a lot of facilities that hang them from the wrap >> like the Boston. >> Yeah, you could in theory do
173a transition through putting up the new banners that have all the years for a couple of years, keep the old ones up, put the new ones in, and then slowly fade them out. And then the community gets used to the thought. >> Could I don't know if our gym is the >> hype >> the hype for it. Yeah. And we also have like we have a baseball cage that comes down. We have the wrestling mat that comes down. >> But it's like I've seen that in like professional >> arenas. I don't know that I've seen it in high in local high schools. They're on the wall and it's probably you don't have >> So if we think about uh transparency, I mean we can get in front of it with social media. You can get
174in front of it with what's happening. Make sure you're a guest author and you have your own page about this topic. We can also do some type of a banner and or just sign. So as people are entering the gymnasium, like the folks who haven't seen it, haven't read anything on it. It's there. So like, gee, I'm wondering about and there it is. Like honestly, if they're walking in and here's our new banners, we're really excited. Here's the rational why. Or welcome to Williamson here. We're excited about our new banners because they allowed for us to showcase all of the student athlete achievement where we hadn't been able to do so because of space. We can do something like that. My last piece, um, if we were to move forward with it, I would like
175to have a student representative, uh, alumni representative, staff member, and we're going to sit down. We're going to create what that's going to look like. >> Yeah. Can I just make a suggestion, too, because >> I am an alum and probably I are the only ones here that are alone. And I think that communication would be great. And I think that maybe even rotating the banners by sport season, those older banners to the gym as people are coming and going would also probably be a really nice highlight. But I think getting in front of it and communicating, asking for feedback, you know, all those things instead of just doing it. I mean, >> everyone that's from Williamson bleeds Williamson. Like it's deep in it's very deep in our roots. So I I really I mean
176I joked when you said you know 1942 while someone from 1942 who was on that team might not still be alive today. >> I bet they have relatives who still live in the district and know and can go in and say my whatever was on that team. >> That's a question. My grandfather was on that team and I >> like it it feeds into the post that you do in the throwback. I do like I do like >> almost to put simple in there where you can just literally you don't need to have a special balcony at the middle. with the lights that are in there that will showcase that. >> Oh, really? I mean, you could have a shop that's made a nice location for >> Mr. No, you could possibly >> Thank you.
177A lot of change in athletics and I appreciate your support and >> everyone's support here. >> Thank you for all the work you're doing. >> Yeah. Okay. Uh, next is migration to diligent community from board docs. I'm going to pass off to Kelly in just a moment. Uh, so we currently have board docs and they are transitioning whether we like it or not to to diligent. Uh, Kelly coordinated an opportunity for myself, uh, Penny and our board president and vice president to have a first experience with Diligent. We feel it's very promising. I think there's a number of amenities that are very exciting actually from the lens of both our roles but also for the board of education and so I'll pass that to Kelly around next steps. >> Yep. So we have um secured
178the cross contracts and they've been signed and sent to the respective posties. Um so we're just waiting on a start date but we're they told us April would start the migration and we'd probably be up and running um by July. So there's a new there will be a new interface. It's much more user friendly. They would be migrating all of our documents that are currently in your docs right over to Diligent. Um there's a way that you can stream live and look at the agenda at the same time. And I know sometimes for our community it's hard to do all those things and do two screens. So this will interface everything together. Um there will be a way where we can like um hit during the live stream like where each topic is in the
179video. >> Oh, that's cool. So people fast forward and and so we'll be working on all those and then the amazing feature is you can edit policy during your policy meeting which will be fantastic. >> Huge efficiency. >> So the current one will be up until the other ones. >> Yep. And I can edit it and redline it while we're in the meeting. >> Quicker, easier will be up until we transition. >> Yes. So that there's an overlap for about 90 days >> starting in April and the new platform would be live in July. >> That's what I'm thinking. We'll have to see how it all rolls down. I know several districts are starting to on board. So I don't know if they're going to feel overwhelmed and diligent on boarding all these districts. >>
180So it may take longer. >> So it may take a little longer, but >> they they're going to do all the transfer of everything over. >> Yep. And so um there are eventual videos. >> Yep. Eventually board docs will go away. There'll only be about n 60 to 90 days after we roll out diligent that we would have access to board docs just to make sure everything is there and then it would >> but I mean even if we didn't say do this now eventually board docs they would force us to do it. >> Yes. They wouldn't renew our contract in the 27 28 school year. >> So and the cost is very minimal. >> Very minimal additional cost. Uh, how did she >> Kelly? Were they acquired? Was Board docs acquired by Intelligent? >>
181Yeah. About I think they said about 10 years ago. >> Yeah, it's been a while, >> but they're just now. >> Okay. I wasn't sure if we were like transitioning to a new provider. >> Yeah. Same provider, better support. We're going to get our own support person. So, I've had a hard time with some of like the support docs. Yeah. >> And people getting back to me. And if I remember right from the demo thing that they did like board ducks as a platform did not really move forward as technology has sh it's the same as when we first came into it. >> This adds all those new technology features. >> It's 2D compliant. It will be ADA compliant. So >> really move in the right direction for us. the policy feature alone will be
182>> to just the efficiency of it. >> Yep. And so I'll be sending you probably some videos to start looking through. I don't know if there'll be a huge impact to to the board. Um but just so you have an awareness >> easier for a guy like me to deal with. >> It should be way easier for you. It should be easier. Can you get rid of the sticky not? >> No, probably. >> I'm just kidding. But I think they will have single sign on which actually could benefit Jeff immensely. >> Thank you. >> Okay. Next we have 2026 2027 board of education meeting calendar and structure. >> It's an interesting paradigm because we are March 18th and while we are fast and furiously in this relentless hustle to wrap up this school year, we
183are also planning for 26 27. So it is a very interesting paradigm. doing budgeting started to do calendar scheduling etc. The reason I asked uh that we include this as an agenda item today is not that you approve the dates that's a function of the reorganization meeting is just to get a little feedback from the board about our structure. So as you've been going and exploring other board meetings you've been bringing back some observations from other uh boards and how they conduct business. And believe it or not, one of the things that Kelly and I will work on is thinking about what are the presentations that you're going to see throughout the entirety of the school year. So the feedback I'm looking for from the board is is there any interest in adjusting your current
184model of schedule or is there interest in shifting to a model which one of you brought back I can't remember which district where there's a business meeting and then a second meeting would be your business and presentations. We are not, we don't have the luxury of saying we could ever do away with business during any meetings because there's so much happening operationally all the time. But what we could do potentially say every other meeting or if there's a two meeting month, I'm sorry, probably that's more effective to say it like that. If there was a two meeting month where one meeting would just be solely devoted to business, the advantage to that model potentially is you'd have one meeting that's relatively short. So I know we've talked a lot about long meetings. Uh, a possible
185disadvantage to that could be that we still want to make sure we're giving you ample information to inform your thinking and decision- making around the business that you're doing. And again, the reason I'm bringing it to you now and not saying, "Hey, let's talk about this over summer is Kelly already has a tentative schedule for board meetings. Again, you'll act on that in uh July, but then we also start thinking about what is the schedule for your meetings." So, just wondering if you had any input or feedback on any shift at this time. So, I'm not opposed to switching to something like what you saw as another district, but when I look at this like out of 12 months because we meet all 12 months of the year, there's only five months where we have
186two meetings >> if you look at these proposed dates. So, are you how are you going to get around that? Add a second meeting to those other months. >> I guess that's where we'll talk about it. or >> well there'd be one long meeting and then if we need that if there's a second meeting it would just be a shorter meeting. >> I understand that you only have five months where there would be a shorter meeting. >> Right. So those >> So seven months you're going to have really long meetings anyway. >> Yeah. But like right now every meeting we come to is a longer meeting. So to me that expression you used a little while ago >> five of the 17 >> I feel like this is a >> starting hour five here >>
187a set and we're going to say they'll be shorter but then in practice oh wait we need you to do this and we need to act on this and we need to so they're really not the long >> and no it's the presentations >> so are you telling me that The best part, >> I'm going to throw this out there. Of the five meeting or five months where we have two meetings, >> one, two, three, four of them are during budget season >> budget season. >> So, are you telling me truthfully you think that we could have two meetings opening up for conversation? >> Two meetings in those four months and only one of them is going to have a budget presentation. >> I I guess the reality is I don't know. I guess I
188was more interested in hearing from you if there's any interest in exploring a different model. Just because you've had an existing model for however long it's existed doesn't mean it's your meeting. So if and I keep hearing how long the meetings are. >> Would everybody come to business and the longer meetings like everybody or the business meetings just bare bones or just >> Well, honestly, it' be my recommendation to excuse the administrative team. >> That's what I'm wondering if that's the question. >> Like I will fight for their time. I don't wait. >> Don't worry. >> Yeah. I mean, >> you think that's courteous? That's >> Angela's right. Like >> I just look at this and go >> at least the budget part. >> Are you really going to remove a budget presentation from January
189or March or April? >> No. So in practice, you're still going to have a presentation at those >> that might be the only presentation >> in >> Did you see how thick that package was? >> Do you see all the package >> how thick the budget presentation gets by the end? Like >> I guess I'm just questioning is it is it a realistic goal? >> No, >> I don't think it is. But if we add a short or we say basically we add a a second date to the months that we don't have to >> No, I agree. >> I don't want to add >> I agree because the reality is let's pretend we have a 1-hour meeting seven more times throughout the year. >> I don't want to add >> again. We all know
190it's not 1 hour. I just want to say my first meeting was 12 minutes and that >> could be a good >> and I know after these meetings I'm not at my best in the classroom because after this I go home and plans and I'm sure everybody at this table goes home and does something for the next day. >> They answer the 20 emails from >> I'm just looking at my 3:30 a.m. alarm I got. >> We were talking at like 12:30. So, I do think that it would be prettiest to separate business from presentations and let people get back to them. That's why >> I guess I look at it as for me and and you guys all too when you're here, you're taking time away from your families, your job, your whatever. I
191don't want to give up another night because not only do we all do this, we also have policy meetings, school visits, uh go look at diligent and like we all also have other times that are not these meetings that we >> another meeting coming up on Monday. Last month we had four meetings. Like if I I counted at one point the number of nights that we are not with our families in this month alone is significant. >> I guess I wasn't >> so I don't want to add more meetings. >> I wasn't trying to suggest another meeting. I guess if I look at the template that Kelly created, it could be that in the right hand column for only the months where it reduces by five meetings. Like potentially these five are business owned. >>
192I'm looking at this year's. Yeah. So I'm looking at next year's proposal only and then >> and I guess that's what I'm questioning is of those five when you look at it it's J four of them throw September out because it's early >> January March and April maybe not May but January, March and April >> you're going to only do one pres one budget presentation in those months. We don't have much to share beyond the exe like we'd have to be strategic about which is the meeting for that month that's going to be the presentation. But the reality is in January it's so early on really the only thing we're sharing is what the executive aid wants. Like we're going to have the budget calendar to the board and approved in December. December well this
193this year it was December 3rd. I'm not looking at next year uh for January potentially say okay presentations are going to be the second meeting because we don't have much to share on Jan on January 7th. Like we could be strategic in that part. The only month that might be an exception could be and we would have to make the only exception an 8 to 10 minute presentation on the budget in April. So if I think about you have to adopt the budget >> and depending on where we are in the budget process, it could be that you need to see two updates. But the reality is >> if we know going into it we need to have the conversation a little earlier. We could have had the conversation early in March and you could
194be adopting your budget at the first meeting in April pending exe or I'm sorry legislative aid runs. That'll be the only factor we might not be able to bank on because they never >> pass an approved budget on time. >> I'm sorry. Pass. >> There's another >> They did once. >> One. Yeah. >> Social studies teacher. >> It was >> um >> who was the 14th president? >> It was. So, the other thing that I that I wonder about is we do some things in executive session in that same time of year that involves some of the admin staff at the table. Would you have to shift that? >> No, it would be purposeful and trying to have it be attached to nights that they have to be here. I think if it's a business
195meeting, it's a business meeting and they are excused. >> I agree. I agree. And this looks like a nice quarterly reporting schedule. And this column, again, this is this year's schedule that I'm holding up. All of these, everybody's here and we're all presenting. We'll have to be strategic about what the presentations are. And we're also going to have to say, hey, really a five to seven minute presentation means 5 to seven minutes, >> but we should be doing that now. >> Oh, I was thinking you flip-flopped. The first column was business and the second column was reporting. That's what I'm >> No, you have more long ones. We're switching. >> Yeah. There's no way we could get through quarterly academic reports. uh having facilities, transportation, food service, all of them coming in and doing a
196quick something >> they would be super long. >> Yeah. >> Now they're just >> I wonder if some of those needs to be live presentation. >> Well, what I really liked about something you you contributed was >> what are the wants and needs of the board. So, we have historically done that. It doesn't mean that every year it has to be the same. It could be 42627. These are the presentations we'd like to see >> because he get everything ahead of time. >> Karen is very willing not to present it all next year. >> I'll take she'll take one for the >> You're saying if you want to look >> because if you send it to us ahead of time we read it. We don't need you to read your choice. >> But you're saying
197well so to me that goes back to keep it to five to seven minutes which we have not done. >> I agree >> except for me. >> You see what I did there? >> But to me that is different than a presentation. And I've said this to you. The whatever we call it district administrator reports is different than a presentation. >> Yeah. And by virtue of the number of people who report, it's going to be longer than five to seven minutes. But a presentation where someone's showing a PowerPoint slide >> or whatever platform and presenting, yes, we don't need slides read to us and those could be held to five to seven minutes >> or could be a >> I do think a spreadsheet. I do think we have gotten really away from those aren't
198always in our packet on Friday >> and they should be. >> There's too many things we're talking about. >> They're there are more and more things that come the day of >> and like the day of like today, >> right? >> And we all have jobs. So then it's hard to look at that stuff >> with with the level of diligence we should the day of unless I plan to take the day off work for a board meeting. I'm not doing >> Are you talking about the business side of things? You're talking about presentation side of things? >> All of it. If you're adding If you're adding something at 3:00 on the day of a board meeting, >> if I have a meeting at work, I'm not able to look at it. I could be
199walking in here at 4:30 and go, "Oh, what do you mean you added something?" >> And we had that happen years ago and worked hard to get away from it and we're creeping back into it. So if you give it to me on Friday and I see I'm just going to throw one out like food service. You said if if the food service presentation is in my packet on Friday, I have Friday, Saturday, Sunday, Monday, Tuesday, Wednesday to look at it and I don't need it read to me. I don't need like you can give me the highlights and if we have questions we can ask those questions during the presentation. So, so I would say to your point, I would like a hard deadline. Be it Friday, be it Saturday, whatever it is. This
200is everything we're going to have on the board meeting and we review everything that's on there and when it actually comes to the board meeting and whatever presentation I would say don't even do the presentation. Does anyone have any questions on this topic? Does anyone have any questions on this topic? We have four or five people being prepared. It goes back to what I think was iter laid out with the topics and when I was that so it's like we already know this is the meeting that we're going to see that presentation we've already got it ahead of time >> and we do have that calendar too it's just >> it's just not hanging on well >> but I also understand things keep getting put on there because >> things keep coming up and things
201keep popping up and you don't want to push it off another two weeks >> so I understand that as well >> what he just said about like a deadline or cut off >> to me I understand there are things that will happen like hey you're meeting especially if you're not meeting again for another 3 weeks or four weeks and if we don't act on it at this meeting you have to wait three weeks those are um under the category of business not presentations so to me I get that those happen. Even several years ago though, I think we had a cut off of like I don't remember, but I think noon on the day of a board meeting. If it's not in there by noon >> because like I can remember years where I was
202literally driving and we were I was driving from work to a board meeting and we're adding stuff to the packet. We can't do that because you're asking us to look at stuff and vote on stuff that we haven't even seen. But I don't think it's unreasonable to say if you're going to do a presentation, particularly if you know about it months in advance, that that can't be in the packet on Friday when Kelly sends out the initial. >> I'm happy to work with you on that. I think one of the things we could do during our summer uh workshop days is revisit this conversation. I think it it's probably better anchored in an internal let's have a conversation and make develop commitments and then I'm happy to make sure that we execute those commitments for
203planning purposes. I am interested in knowing because Kelly and I would want to be strategic around looking at the 2627 calendar if there's interest in moving to having some just business meetings. We want to be strategic like I would want to work with her on which are the ones that would be important for budget purposes. The rest of that I'm happy to work with you on that. I am going to make a plug like not for nothing. had a principal sitting in the room right now who I was unable to bring action to you and that compromises potentially continuity of operations and instruction for the principal and that's today and I like I had to say I'm really sorry I was like could not make it happen for you today so as much as I
204know you're feeling it please know everybody here is feeling it my yes I'm feeling it I have interest in separating them that's my yeah I have interest in separating them for the five that we can >> yeah I I just think you have to be strategic when it comes because as I look at it like it's literally during budget and I know there's deadlines for this has to be approved so many weeks before the vote and >> so I and I you don't have to take action on this but I think what I hear is there's consensus that Kelly and I can be creative in looking at the template that you created and saying which ones would be the business and which would be the presentation meetings for the five months where there's two meetings
205in the month we will identify one as just a business meeting and that would just solely be business other than with the exception of budget time in April. There could be the possibility of just the budget presentation and business at that meeting. No other presentations and then we would purposefully not schedule any presentations during the business meeting. Then at least all of you could count on there are five meetings that are >> briefer 13 minutes >> in 12. >> See that's 12 >> 11 minutes competitive. question for you because you said you're already looking at the presentations for next year and then someone's over here also said something about or maybe you said something about what those presentations should be and the wants of need of the board. Should we be if you're looking now
206at what are the presentations for next year? Shouldn't we be having those conversations now about what are the things we want? >> I think I can go in with this stuff right when we talk about the data we want to see. Well, we have a lot of presentations that aren't. >> That's just annual. >> That's just about the annual >> credit is the same conversation of what are the priorities, what are the measures, >> but you know what I do like about what you just said? We could actually structure that as a survey. So, in lie of having the conversation right now, we could actually put push out a survey with what we have done in the past, what your interest is, and then what are other things you'd like to potentially uh see on
207it. What tonight allows for Kelly and I to do is say, let's take the draft that she put together for 26 27. Let's identify in the five months where there's two meetings which ones are the business and which ones are the presentations and then next step is uh Kelly and I can work together to put together survey for you to identify what are the topics you like. >> And that's not to say somebody who doesn't someone wants to share something. Right. Right. That's fine. >> Well, it doesn't change our administrative reports. Right. >> These are presentations. >> Are there mission accomplish any dates that you can consider like that are a no-go like that I need to look at? >> I do. February 10th disaster Wednesday. >> Okay. >> I will look to change that.
208>> Typically we've gone to Tuesday. >> Um when that's happened before that is anyone is anyone opposed? >> No, I didn't look that closely at all the dates. >> Okay. >> Um the first the first date in August 5th I'd probably >> Okay. I can look at >> I know September 23rd. >> Okay. I can look at another date in August. Maybe that next week if if it doesn't conflict with anybody else or we just move forward and Francis won't be here. Um >> so right now this is one in July, one August and two September. >> Well, we have the two in July. Well, one in July because July 14th >> July 14th is the art, right? >> Yeah. So, it' be one July meeting. That's why I did such an early August date.
209>> To adjust for just the one July meeting, but I could push that out another week. >> Okay. >> The August one. >> Yeah. Go a week forward. >> So, that's World Elephant Day. I don't know. Okay. >> Okay. So, February, September, and August look to move. Correct. >> I think so. >> Okay. We'll do that. >> Okay. Cal may have this conflict. So, okay. We'll check it out. >> And then you're going to send us some kind of survey about reports for next year. >> Yes. >> Okay. >> That will not go out this week. >> That's fine. We got time. >> I can say with confidence that will not go out this week. >> Okay. Uh Okay. Next is meet the BOE candidate night structure. Uh I have to remember where this came
210from. We've had conversations somewhere >> about the format of meet the candidates >> asking questions >> question and answer. >> I thought it was >> and >> go ahead. Sorry. >> I also as part of that when I said hey can we like have a conversation about it? Um, I emailed Kelly and said, because something made me go, truth be told, in the spirit of our meetings are long, like, does this need to happen at a board meeting? So, I emailed Kelly and said, could you find out like legally are we what are we obligated to do as a board? Does it have to happen at a board meeting? because in some ways that takes over our board meeting and pro prolongs our our ability to do the board business because we have all that
211at the beginning. So the answer was no we are not legally obligated to host >> anything. >> So then I went back and said could you find out like how many what other districts do so that bless you that's the the thing that I asked her to attach >> that um good data >> shows what other districts do and it's all across the map. >> Yeah. >> Some of them do nothing. Some of them have a meet and greet. Some of them have like one of them was their teachers association hosted. >> So I realize that we already advertised it for this year. So probably can't do anything because it's been in at least two budget presentations that it's on May 6. But I question whether we need to do that at a board meeting
212versus some other >> I thought it was weird last year he had two spots open two people running >> one podium >> why why I don't want to say I don't want to say >> I don't want to say why are you doing it but it just seems like a >> I don't want to say waste of time because I don't want to be I don't want to be rude but for two people running for two positions What >> what's the point? >> I thought >> and I know that that's a bad attitude. >> No, I thought waste of time in that like you said, we're at work and we don't get to see all the things that come through and to get like to not know the questions ahead of time almost felt like
213you're giving like a not fully thoughtful answer. I mean, I get that it does kind of say what's what can you come up with in the spur of the moment, but some of the questions later I thought more deeply about and could have given a better answer. I wonder if we could do Q&A in the newsletter with questions that come in from the the community ahead of time. And >> I would say why even bother? >> So, here's the thing. >> I went back and looked today at Board Docs because I'm like, when did we start doing that? >> Two years ago. >> Yep. Cuz when you and I were up last time, which was three years ago, we did not have Q&A. >> Nope. Yeah, it was the last. >> Never in all the
214years that I have been doing this did we have it. It was always genuinely meet the candidate. Whoever was running was invited to come and excuse me. >> Introduce themselves and basically and I think one of the districts put it in there like who you are, why you want to run for school board. >> Yep. >> How many people know you in the community? What do you do already or not do or whatever and done basically >> no one? It was information. >> Yes. >> Why do you need to do that if it's a newsletter? >> I don't know. And that's why I kind of asked, do we have to is it a is it a requirement that the board does it? The answer is no. >> There are and there's a mixed bag. Some
215districts do have that and some don't because technically the meet the or the what's happening >> goes to every household in the district >> whether you have a student in >> or not. I know in the past there has been um Williams and Families has reached out to you know every candidate that was running can you give us something to put on and I'm pretty sure it was always just the exact copy and paste it on what's happening. >> Yeah. >> So I guess I'm questioning do we want to keep doing what we're doing or not? I I'd like the idea of them coming to the board meeting >> and maybe just even if they just share a synopsis of their bio, right? And then >> but beyond that, >> I I don't know much,
216you know, >> and and we shouldn't call it meet the candidate because I feel like cheese and crackers are ordered. It's like the meat feel I don't know. Well, I think that's what other districts call it though. That's what's like the >> language. But the Q&A I think we can completely get rid of. >> I don't think that's that's not our place. >> One seat. >> She's self-regulating right now. >> Oh my gosh. Sorry. So, I mean, it's already advertised for this year, so maybe it's >> Well, we still have meet at night, but we don't have to have the Q&A. >> Yeah. I think that that's >> we can get rid of that. I mean, >> I think it's nice for them to come to introduce themselves, but to put them on the spot.
217>> I just want to know the purpose it serves. >> Yeah. Okay. >> And I don't think that they should read their bio >> what you text versus what you say to the public or >> in the past. I don't know that anyone I mean correct me if I'm wrong. I don't know that anyone swapped and read their bio, but it was more like >> I sure did. >> Well, that's exactly how >> that was also as a Q&A era. So, but like in the past, I think it was more a I have some ways of it like highlights of who you are, what why you're running, why you want to be on the board. >> Do we we give people something in the packet that people pick up, right? Does it explain what the
218expectation is for meeting the candidates? >> I think we just updated that. >> Yeah. Well, we updated our or candle, >> but like when you say when someone goes to the district office and says, "I want to pick up a packet to run." >> How much or how little information is in there about what they are expected to do on the night of? >> So, I don't I think I just put like a one or two sentence thing in there about meet the candidate because we didn't have anything in there, but I think as people turn in a packet, if anyone turns in a packet, I would let them know. Okay. >> I think we did update some language because we were going to add it to the handbook, but then we added it to
219the paperwork that was already existing. >> I don't know if we we don't usually change that, >> but I think we did. >> We took what she >> Yeah, I think we like talked about like just putting something in there, but I did. >> Okay. >> Can I ask a question just >> Yeah. >> What What do you want the purpose of meet the candidate to be? because it may have worked out where there's two spots, two candidates, but I feel like to meet the candidate is the opportunity for the community to listen if there's three candidates and there's two spots for them to be able to make an informed decision. So, I don't know if there is a process that >> that's why I thought in the newsletter if there was already questions that
220could be printed with the candidates like here are the topics community want to know about and here's a thoughtful answer >> corrective questions >> that they can read about. >> No. Well, was that I don't know. >> There's not there's usually not enough room. >> I was not present for for the last few moments. >> I'm sorry. >> Can I get this thing? >> So, may maybe we can come up with some questions that we think would be helpful that they could put online or if you're I'm sorry. If you're running for school board or if you're running for any office whatsoever, That's your thing. I don't I don't think it's up to us to be asking the questions. I I don't I don't if if a community member has a question, I think that's
221their opportunity to come and ask a question. >> Um they want that at some point, but >> we have a time to have that. >> They they could ask them a question if they saw if you're running for school board, you have to provide your address and your phone number. So I think right >> so so then community member could then call that person if they really curious and say, "Hey, I'm looking to vote. I see you running for school board. I got a couple questions for you." >> Is that provided beforehand? >> No, but I mean I feel like if someone called someone's running for public office, I'd have to give it to them, right? >> I think traditionally our community is small enough that if people were running and they knew, "Hey, Jeff's
222running. I want to know why Jeff's running." They'll figure out how to find Jeff and call Jeff or I mean used to be able to find him in the broccoli aisle but they don't have a store anymore but but they figure out a way I think that's what happened in the past and people would just go hey what right why you run so did you land on that you're going to do a meet the candidate night >> well I think we have to it's been you just have it be that they come and say a few things about themselves and then ask them to provide in the event any community member has a question how would you like how would you this is how I'd like you to get in touch with me if you
223If you have any questions, reach out to me this way. Share your email, share your phone number, whatever their preferred method is, and do something like that. >> Y >> like share it with Kelly so that if someone >> Well, they can say it during each candidate night. >> Oh, okay. Bridget, I'm running for I'm not running for the board. I can't >> I'm running for the board and and if you have any questions, I would be happy to take any questions. >> Here's my email address. Here's my phone number. And that would be the information she would say, "Hey, when you present to me the candidate, I'd be prepared to share how you'd like people to pose questions of you if they have any valid questions." >> I like that. >> And then it's
224up to the candidate if they decide they want to respond or not, right? >> Okay. >> Well, depends on the question, I guess. >> Student focus group dates. >> So, I I personally have a conflict with May 7th and the 21st. That's why I >> Yeah, we probably try to have to catch the seniors first thing that go to Boseies or program first thing. Get them first and then I thought it was a senior class, right? Or >> Yeah, it's a senior class. >> Yeah. >> And then we would start overseas. >> I mean, I could
225>> So, it would have to be the morning because some of those kids leave >> or it could be the afternoon then. >> I could move agenda setting too. >> Well, that's what I was going to say. Can we are we flexible to move that >> because you could do the 21st >> moves on my calendar every day. >> What's that? >> Stuff moves on my calendar every day. >> We could do agendas. And we could look to move agenda setting to right after you're done. >> Right after we're done. >> So you're not coming in another day. >> So does the 21st work for anyone else? >> Yeah. >> In the morning. >> So first period. >> First through 4. >> What time to see everyone? >> Yes. I'll try to get the Bosei
226students. First period. >> What time does period end? December. >> You've had it done before. So, the board meets with a class from the press. >> It's your class. >> You think three periods is enough round? >> Um, that's what we did last year. >> Okay. >> I think it was three rounds last year. >> We split up last year into I think we were in the library and the study hall or something >> and we did >> one group in the library and one group across the hall. I think >> you want to I didn't I forgot to put the questions on here. Do you want to just keep questions the same that you've used in the past? >> No, I don't. I think we I think we wanted >> We revamped them last
227year. I think >> I think we revamped them on the day >> on the day. >> Can you send them to us? >> Yeah, I think we talked about cell phones last year because that was just an a topic that was coming up. >> Can you send them to us by email and I mean we have time. >> I think she talked about AI this year. >> That's I just said AI as opposed. >> No, we've had different we've had different topics. >> Yeah, >> depending on what's going on. >> Did you say nucle? >> Yeah, >> there were some questions. >> There were some that we >> and then afterwards did we go back to work or >> we end at 9:57? >> Well, unless we need another policy to do that. >> Not
228during school day. Next year we're going to do 8,000 again and >> you like the format last year like three people in one room in the other. >> Yeah. assuming all five of us can be there and if not you could do like two and two if one person can't make it or I mean we've done >> we've done different combinations depending on how how many board members >> but the smaller group the more talk you get right >> yeah the smaller >> so Kelly if you send us that from last year >> I'll put it on the calendar too >> then we can at least five more minutes and we can focus >> add some question or edit. >> Well, thank you >> for you guys. >> Uh budget transfers those are just for
229information. Anything we need? >> Um I was going to say I did I had some salary transfers done just between salary codes. >> Okay. Um any other boards? >> I I heard it that meeting the baseball meeting. I heard kids talking about the the policy that you made, which is awesome. They they are thinking about sports and I know the policy on that and it was neat that they knew about it, knew where to go to get it and I did hear one student decide not to do it because it was rigorous, right? which I don't say that's a good, you know, it's not a good thing to not, but they thought about it and they knew themselves and made the decision >> their limits and said, >> but I like that they >>
