to Sheridan Hill and our students and staff that hosted our board team and our cabinet team this morning. We had a really great start to the week. Um this is the first year that we have come back to holding board meetings at buildings and it really is something that we're looking forward to uh every month. So we have Mrs. Aoyo and a team of student leaders in the back. So I'm going to turn things over to them for a presentation this evening. Good evening board members, um, community members, uh, and our cabinet. Thank you so much for having us here tonight and really having us be able to highlight Sheridan Hill spending some time with us this morning and also to hear from some different leaders that we have in our building today. Um, our

time together this evening is going to be put in three different parts. And our first part today is going to be talking about progress with a purpose. And using instructional technology at Sheridan Hill, technology isn't just screen time, but when used intentionally and purposefully, we can really engage students collaboratively, showing their knowledge, all while having a little bit of fun. So today, you are going to start by having a little bit of fun as well. We do have a digital platform that we use often that the kids like. um our fifth grade ambassadors, the first five that you see here, we have one who's going to be on digitally with us, created a Cahoot game for you. So, we invite you to play Cahoot with us and we're going to get that set up right

now. If you would please take out your um device. If anyone in the audience would also like to play Cahoot, please feel free. You are going to scan the QR code in just a moment when it pops up. Go ahead. We're going to give about I don't know 15 20 seconds and whoever gets in that's great. We can have a nice uh crowd of audience members to see how well they know Sheridan Hill. Do >> you have to use your real name? >> You do not have to use your real name. [laughter] >> All right. At this point, we're going to go ahead and start the game. This game was created in content by, like I said, our student lighthouse team ambassadors. Those are our fifth grade students. Uh our team of student lighthouse team

is about 31 students but we do have six ambassadors who are in fifth grade and they lead our assemblies. They also lead different groups within the student lighthouse team kind of like subgroups like you have subcommittees. All right let's go ahead and get started. What you will see on your device are four options multiplechoice and we're going to see how well you know Sheridan Hill. Our first question gives you a nice amount of time to take a look and read it before we answer. What is our school librarian, Mrs. Harris? What's her favorite animal? Hedgehog, shark, polar bear, or dog. 4 seconds. All right. Wonderful. All right. We have a bunch of different guesses here and Hedgehog is the winner. Let's take a quick look. Miss Riley, whoever you are, you are in the lead

right now. Very nice. We're going to go ahead to the next question. We do have six all together. How long has Mr. Aidita, our elementary orchestra teacher, been a teacher in Clarence? 14 years, 17, 20, or 27? All right, 27 years and so many of you did guess that correctly. Eight of you actually. Let's see our scoreboard. Oh, Adrien, you have now taken the lead. If you didn't know, the quicker you answer the question correctly, the more points you get. So, let's be fast on our feet. >> Oh, no excuses. You can work with a partner next to you. [laughter] Our next, which lunch choice is considered a favorite among students at Sheridan Hill? Yes, data was taken for this answer. for lunch. But the cho the top answer was pizza. >> Oh, Steve has

taken the lead. Nice job, Steve. [laughter] Our music teacher, Miss Grajix, starts every class with a welcome song using which instrument? Would that be the drums, ukulele, recorder, or piano? Different grade levels might get different instruments. This is in fifth grade. uh the ukulele. And you might wonder, did I pronounce that correctly? I did. It is not ukulele. It is the ukulele. [laughter] >> All right, let's see here. Oh, Steve is still on top. All right, let's see if we can bring him down. We have a couple more questions. Two more to go. What do you think is the favorite subject of all fifth graders at Sheridan Hill? Only the fifth graders were pulled. What is their favorite subject? Oh, people are getting the quickness of their answers. Good job. Oh, and it's math. None

of you chose math. Wow. Wow, that's telling. All right. [laughter] Well, I think that means that Steve is still in the lead. We have >> We have one question. One question left. Let's see. >> The last question is, how many teachers work at Sheridan Hill? 10001. >> Are you playing Mr. Michelle? >> You can advance. >> And the answer is 77. That would be including all of our support staff. They are important members of our school community as well as special areas um and all of our special programs. >> Teachers, [laughter] we got to be concise. Thank you so much for playing your board of knowledge um of Sheridan Hill. Our winner actually um in third place was James B. Very nicely done. >> Ella number two and our number one winner was Dr. Frame.

Congratulations. You >> made the Thanks. [laughter] At this point, we will turn it over to our fifth graders to share a little bit about why they chose each of the questions they did. Hello, my name is Sariah Graham and I'm in Mr. Cory's fifth grade class. My cahoot question was about Mr. Aida. Wow, he has been here a long time. Mr. Aida is the elementary orchestra teacher and he's really funny and kind. I really liked his scream and go button he used during lessons. I love that kids from all four elementary schools come together for orchestra. I think it is cool to meet new kids from the other schools. Even though I learned to play the viola from Mr. Aida, it is great that he teaches kids all the orchestra instruments. [applause] >> Hi, my

name is Lucy Roberts and I am from Mr. Cory's fifth grade class. I wrote this question about Mrs. Harris because I love library and reading. Reading has always been my favorite thing to do because it's relaxing, calm, and just makes me feel happy. Also, reading isn't the only thing we get to do in the library. We also learn about coding and internet safety. In coding, my favorite bot is the indies. When we are coding with the indies, we have to put different color mats down, which mean different things. When we are in the topic of internet safety, we get to play the game Google Interland. Google Interland is where you play games while practicing and learning about internet safety. I've learned to keep my passwords personal. So, because So, because Mrs. Harris is our librarian,

I have the best time in the library. [applause] Hi, my name is Evelyn Ruther from Miss Soaper's class. The cafeteria is a place that is really welcoming. The cafeteria staff is always super nice and can help you with whatever you need. Lunch is a really important part of the day. Here we get to talk about our friend. We get to talk to our friends and take a break from learning. Plus, sometimes parent helpers come in and you can see your parents or friends parents. The snacks served in the cafeteria are really yummy. My favorite snacks are the cookies. Overall, the food is really good and the helpers and workers there are awesome. [applause] Our next ambassador couldn't be with us tonight, but he did want to share his message and his input for the cahoot.

Let's take a listen. >> Hi, my name is Danny. Personally, I love math. In fifth grade, you get to learn about statues that make you go on and on. Here at SH we have so many good good teachers. They always face challenges with our math that build our problem solving skills. Teachers don't just focus on they also host conference. Last year Miss Riley built my confidence by giving us a lot of friends. So we so I wasn't from the test. You can see from meth graders are sure they know about that but rarely all the subjects are greatly accean. [applause] I'm in Miss Sober's class and I love music. One of the reasons that I like music is because of my music teacher, Miss Greyjack. She plays the ukulele in every music class for a

welcome song. In music class, we get to play all these fun instruments, including boomhwackers, rhythm sticks, the xylophone, African drums, and much more. I personally love to play the xylophone. One other thing we get to do is sing fun songs that she's taught us. The best part about that is when we come back again the next week, she plays the song or sings it to see if we remember it. Another music teacher that makes me love the subject is Mrs. Bennett. She's our band teacher. She's always trying to get us better and doing everything in her power to help all the band students. Mrs. Bennett is my number one favorite band teacher. Because of teachers like Mrs. Bennett and Miss Greyjack, I get a chance to perform in all county. This is a fun opportunity

for all the best of the best to perform together. I love music for many different reasons, and I hope you do, too. [applause] Hi, my name is Emmy Martin from Mrs. Conley's fifth grade class. All of our teachers at Shaden Hill are so kind and welcoming. Every one of them makes you feel special. They all somehow remember the little tidbits that you didn't even remember until they brought them up. For example, my third grade teacher, Miss M Miss Keener, used to say all these old phrases and songs and she almost made it our thing to talk about them. Also, my first grade teacher, Mrs. Mazerowski, always always gives me a funny wave when I see her and then I wave back. It gives me a little laugh and it makes my day. Finally, my kindergarten

classroom aid, Mrs. Longo, even remembers me after 6 years. She always says hi and calls me Eminem. She always says, "OM" when someone says something silly about me. All my teachers managed to brighten up my day and leave me with a smile on my face. And I'm sure I can say that for other students would say the same about their teachers, too. [applause] So the next part of our presentation is about excellence in action and programs that make a difference. I would like to present to you someone who had an especially unique leadership opportunity because opportunities for leadership are not reserved for one grade level, reserved for one group of students, but really um it's part of our jobs as educators to find the passions in kids, their interest, and really bring that out and

share it with our entire learning community. So, I'd like to introduce another student here who had a very unique leadership opportunity. And yes, we have one very short game for you to play. Hi, my name is Zach and I'm a fifth grader in Mrs. Sakoski's class at Shing Hill. Thank you for coming to our class room this morning. We loved having you there and showing our Jevity reveal game. Playing games helps help us learn and look together and it makes learning learning more exciting. I love geography and learning about countries around the world. My favorite country is India because it is the most populated country in the world. I like bringing up flags and sharing fun facts with my class. Mrs. Aoy and how much I love sharing what I learned and asked if I'd

like to share with the whole school. That's that's how my morning announcements started called what USA is that today. Each week I make a video with three clues and everyone tries to guess which state they flag I have. So now I have a question for you. Would you like to play? >> Yes, of course. >> Here's some clues about where in the USA I am today. Clue one, this state is in the southeastern US. Clue three. Clue two, this state borders Florida, Mississippi, Georgia, and Tennessee. Clue three, this state's capital is Montgomery. Can you guess where I am? >> Alabama. >> I am in Alabama. >> All right. [applause] I have had to try to fact check and I have never [laughter] found that Zach has ever been wrong with any of his geological facts.

Thank you very much for that. Our last and final part of our presentation today talks about safety and belonging where every student feels like they have a home and are at home at Sheridan Hill. Each year, our teachers have the ability to take a close look at their practices and decide what they would like to hone in and make even better. Our third grade team this year decided they wanted to make even more of a note to extend the social emotional curriculum that we already have in place at Sheridan Hill. As a grade level, they've collaborated to extend lessons and different uh pieces of the curriculum. So, I have one final presenter here to speak from the student side. the things she's experienced this year that have helped her and her classmates grow socially and

emotionally. Hi, my name is Charlotte Nicholson and I'm in Mrs. Melinda and Mrs. Clinger Smith's third grade class. Third grade is exciting because we're not the little kids anymore and we're learning more challenging things. To help us with that, our grade has been focusing on mindfulness. Earlier earlier this year earlier this year, we read My Mouth is a volcano, which helped us learn that we don't always need to shout out. We also learned to keep our thoughts in our parking lot and share at the right time. This really helped us practice controlling our words. and we use this strategy a lot in class. We also learned mindfulness through TwiCon Do. A dojo came to our school and taught us how to keep our bodies calm and in control. One of the funniest parts was when

our teachers were being funny and we had to stay completely still until the instructor said, "Release now." Then we all had a giggle. It really helped us learn to control our reactions. In December, we practiced yoga, which helped us calm our minds and bodies. We even learned that we can imagine being on a cloud or doing calm strategies right at our desks when we need them. Every day we also have morning meetings where we answer questions and learn new mindfulness strategies and build our class community. Each month we met meet with Miss Jer, our school counselor. Last week we talked about setting goals. My goal is to understand big feelings for myself and for others. I chose that goal because everyone feels stressed sometimes and I know strategies that can help. All of these activities

help our school feel safe, calm, and ready to learn. And we and they help our school feel like a place where everyone belongs. [applause] That's really hard to get up in front of you and do that for adults, but for kids. So, can we just have one more round of applause for our [applause] again, thank you very much for taking the time out of your day this morning and then hearing from us again tonight. We appreciate your support and your commitment to not only Sheridan Hill, but Clarence Central Schools. >> Before Mrs. A royal, you and your student leaders take off. If we could maybe pause to see if any of our board members have a question or comment and um if you're up for it, it is a tradition that our board has their

picture taken with student leaders that come and present. We'd love to do this with this wonderful backdrop um before you take off, but I'll just open it up to our team to see if there are questions or comments for the >> I just want to say thank you. We had a great morning this morning. We really enjoyed all three classes. because it was great to see the lessons taking place and we really enjoyed the presentation tonight. All of you did a great job. >> Super. >> And I and I speak for a living and I see adults who can't speak like that when they get up in front of a group of people. So, you did you did a wonderful job today. >> Thank you guys. You did a great job. >> Super. >> I'll

just share and this is maybe more for parents um in the room. My mom actually is a Sheridan Hill grad, so she'd be very um I'll have to call her on the way home and just let her know that I was in her alma mater tonight and heard from some student leaders. When she was here, though, it was one of the smaller elementary schools in Clarence. Now, it's the biggest uh elementary school and it's a credit to the quality of education that's here. Um whether it's niche rankings, US News and World Report, Buffalo Business First, um Sheridan Hill, as you know, is one of the highest academically achieving elementary schools, not just in Western New York, but in all of upstate New York. Um, so if you're into the numbers and quantitative measures, uh, the

student mastery at Sheridan Hill is through the roof. Some of the things that, um, really make it special though are the fact that when we think about English language learners, Sheridan Hill is our host school for students that, um, have different language, uh, supports and services. And so, it's a really rich student body in terms of language and in terms of culture. Um, it also is a place where we've had different stops on our special education continuum. So, when you come into Sheridan Hill, there are 530 students that come from all corners of the world, have all different types of learning needs, and they come to one place where they are loved as you heard here tonight. And that is a credit to our families, our students, and our faculty and staff. It's a really

special place, and we got a taste of that tonight. So, great job. Thank you again. >> [applause] >> So, why don't we do this? We'll give our board of education a 30 second head start to scoot around the table. They'll line up here and then we'll have Mrs. Aoyo and our student leaders come and join them uh so we can grab a photograph. As always, a student update from ago, we had put a tax neutral capital project out to the clearance community that was approved. And once that happens, we go into a much more detailed planning phase with New York State to have uh plans approved and then you go out to bid and then you put together a construction schedule. So, we're right there. We've had our plans approved by New York State. Uh

I would like to credit our facilities committee, which is Miss Snder, Mrs. Andrews, and Mrs. McGara, uh who work overtime with this group to make sure that we're on track and delivering what we had approved by the community. Um we've gone out to bid and now we're starting to talk about work that'll take place this spring and summer and then next summer. So, the purpose of tonight is to do a formal check-in with regard to where we are in the process and then to provide more detailed information about what to expect this spring and summer, what to expect next summer. Uh we will be um meeting with members of our administrative team tomorrow so that we have a detailed and deep understanding of work and how it may impact programs at our different buildings over

the next two summers. We'll also begin putting together an updated communication for members of our school community so that our faculty, staff, students, and parents have an understanding of where we are and what to expect over the next couple years. So, we have um the three gentlemen in front of us. Uh we have Justin from Buffalo Construction, Ray from Kadeni Architects, and Brian Blog, our director of facilities. So, I'm going to turn it over to this team. I would just say to our board um if you have questions and comments uh as we go, these are the experts that should be able to answer them. So please u feel free to really engage in dialogue tonight. So Justin, I'll turn things over to you. Well, thank you very much uh everyone. Good evening. Um I

will say that that will be a tough follow. It was a very wonderful presentation prior. Uh it's always wonderful to be engaged with with you all and your communities. Um so we look forward the opportunity to speak to speak to everyone. Um, so myself and Ray, we'll get into the presentation here and Brian will jump in if need for public facility uh specific questions. Um, and to your point, uh, Dr. Frame, we will provide some updates on the current 2024 capital project. Um, as we get into the presentation tonight, we want to, uh, just review the construction locations that are planned to be part of the 20, uh, 24 project. um the schedule. Uh we'll go into a little more uh specifics on the locations in the schedule um that will be affected. We have

a couple highlights that we do want to touch on. The high school um and middle school parking lots obviously are a huge feature of this capital project. So, we just want to touch a little bit on that and the design there a little bit. Um along with the new Harris Hill playground. Um, and then we're going to kind of backtrack a little bit into our bid results from our November bid opening. Um, we didn't have enough time uh after the holidays after we opened those bids uh to kind of take a deep dive a little bit into into what um resulted on bid day. So, we want to give a little update um to the team here to to show you know how that process went. Um, and then at the end of this the

presentation here, we'll go over our budget as it stands today. Um, with all the construction dollars allocated uh that we have as as part of the base base contracts um and then some additional state contract purchase um options that we have included in the budget um for tonight. And then finally, Ray will be able to give uh an update on our energy performance contract um to kind of close things out. Uh first thing, so locations. Uh we're going to be uh in construction basically at all the school buildings. Uh minus um we're not going to be up at transportation and we won't be at the maintenance building. Um but we will at the high school, the middle school, uh Harris Hill Elementary, Ledge View, Sheridan, and Clarence Center. Uh our 2026 schedule. So essentially what

we did is we broke up all of the work into two summers. Um there's a little bit of work that can take place during the school year. Um but at this point that work is going to be pushed to the 2026 summer. Um so there's going to be no impediments at this point um during the school year. Um for the first summer the major lift is going to be the um parking lot at the middle school. Now the parking lot upgrades in the district is like I said a huge feature um to what we'll be installing. Um and this will be the first heavy lift. Um so that work will start uh June 29th of 2026. the first Monday that we can get on site after the kids leave and then we will need the

entire summer to perform that work in the front um parking area and the uh parking area on the side by the auditorium. So that's slated for the entire summer. Another large feature to the capital project will be all the masonry restorations that are part of the project and this work will be all um we'll be touching all the buildings. So, we do have a a large masonry restoration project on the exterior of the building um at the middle school, which will also take place in the summer of 2026. Um same mobilization date, June 29th, and that'll run through the end of August. Um and we'll be out of here um we're out of there until before the teachers come back. And then we do have a small a couple small interior renovation pieces. The uh

public address system will be upgraded in in the summer of 2026. We have an elevator modernization project that will also be part of the summer of 2026. And there are some sound upgrades in the AD that will be part of that feature as well inside the building. Any questions at the middle school. [clears throat] All right, hopping over to Clearance Center. Um again, more masonry uh restorations. The uh Mason will be mobilizing on June 29th, that Monday. and we have them working uh mostly through the entire summer on the exterior of the building doing masonry upgrades. Um we will be replacing the um uh windows at um around the library, that whole pod, all those windows will be removed and replaced. Um and that again is a June 29th start through the end of August.

And then there's a few minor plumbing and HVAC upgrades inside the building um with some split systems and some back preventers in the basement. Not a crazy amount of work at current center on this project. Uh Harris Hill. Um again, we've got a a large feature here would be the playground upgrade. Um that is starting when kids leave again. June 29th will be the first day on site and that'll run through the the end of uh August. And we also have some masonry restorations here as well. Um and then some small plumbing work um which we will have to impact the district uh tenants uh for a couple days when we shut the service down and put the service back on. And we're working with facilities right now to get exact dates um so those

can be communicated to all the staff members um that will be in that building during construction high school. So we have a lot of work at the high school. Um a major piece of that is the parking lot replacement on on the north side off Main Street. Um due to the size of that project, we had to split that work up into two summers. Um and once we get into the layout of the high school parking lot, we'll show you which areas we're attacking first. Um essentially, it's the east end, which is about a third of the overall project. Um that will be starting June 29th, and that's going to run through the whole um whole summer of 26. Um, as part of the project too, we're replacing uh 12 rooftop units at the high

school and we are uh breaking that work up into two summers. Um, the first summer of 26, we'll be replacing half of those units inside the building and that will be the work interior space of the high school during next summer. And then we jump into the summer of 2027 to complete the remaining uh parking lot um restorations that we have there. and that's going to run through the entire uh summer. I don't have the exact dates of when that Monday is yet on your school calendar, but we'll update that obviously as we get into construction a little further um when we provide our updates as we're going through everything. And then the masonry uh restorations that are going to take place at the high school will take place in that second summer of 27.

And again, that's going to run through the whole summer. And then the remaining uh rooftop units that we're swapping out will be done in that second summer as well along with um there's a large sanitary piping replacement in um the U map wing um that will be done in that summer as well. And finally, the there's uh two small renovation spaces in special ed in the wait room. So that's going to get um basically surfaces restored, new floors, uh some new paint, and freshen those spaces up. and that's in 2027 as well. And then hopping over to Les View, Les View's work is in 2027. We've got the septic uh uh installation over there where we're adding a wastewater treatment plant. Um and that's going to happen uh once the kids leave. Again, there's going

to be some coordination there with the uh building occupants once we take that uh that building offline that septic to tie into. So, there'll be some coordination once we get into this a little further. um that will help coordinate with Brian and his team as well. And again, we've got more masonry restorations there uh for the sum summer of 27. And then lastly, Sheridan Hill is scheduled for the parking lot replacement. Um so all the parking lots are getting updated here. Um and that will happen throughout the entire 2027 summer and masonry restorations here as well. So that concludes our schedule piece. Any questions on our schedule as we have it put together? Okay. Um All right. So, high school parking lot. Um so, this area over here will be the first area that we

will be um working on in the summer of 26. Um we will not be touching any of the curbing or any of the entrances or exits in that area, just installing the ashvault and the drainage. Um and then all of the DOT work to remove and to reinstall new entrances. uh will be done in the summer of 2027 once that parking lot we can do the work together and then we can include all the entrances at that same uh time. Um, and as you can see here, um, we are going to be removing a couple entrances to, uh, better, um, more have more efficiencies on the flow of traffic coming in and off main street here, coming down the queue in line, coming in front of the building and out. And then there's also op

opportunities to come in this way and to come around. Um, but again, this is all going to be this area over here will all be summer of uh, 2027. If there's any questions on the parking lot at the high school for us at this juncture, maybe just one note that u this great drawing, it's one that is probably closer to what an engineer would use as opposed to what maybe a parent or staff member, student may be interested in. So I believe Cadenni is working on some updated drawings that we would have printed on larger boards that we would have a digital copy of that we could share with for example to be and have on our website because probably more than anything people are curious about uh improvements to our pickup and drop off

uh procedures or parking. >> So So we're going to tackle the right side from the center driveway where we're moving over and we're going to add all that parking in >> and then we're going to leave all the driveways the way they are. >> Yes. The only um impact we will have which will be done by the end of summer is we have to install the drainage as part of this and that all ties in over here. So there will be a little trench that we're going to have to dig across these existing uh entrance and exits but that'll just be a temporary path until there are >> you have phasing plans for this? >> Yes. >> Could someone email me those? >> Yeah. Yeah. We have logistics plans. Um and it might probably make

sense then down the road we can give updates as far as um all the construction fencing that we'll have you know across the property to make sure that we don't have anyone coming into our construction zones have metal fencing and access gates and that type of thing to >> and also when we open school when we open school up all the driveways won't be in that configuration. So I just want to see how they're going to flow for the year in between before we take them out and replace them. >> Sure. Where will they be coming in off like off of Maine? Like where do you know in off? >> Yes, there is the in off of Maine is right there. >> And you're going to come in the exit now. There will be the

entrance. That's also >> Y. >> So nothing will be changed coming in or coming out for the first summer. But the second summer, that's when all these changes will be made. >> And then the state completes the entrance and the exhibit >> all part of the DF. They'll do all those together. So, if people are used to driving by the high school between 3 and maybe 3:40 in the afternoon and you've seen a huge line come out and spill onto Main Street, the idea is to use a queueing system where we can stack the uh people who are picking up their um students um in one organized flow. And so, you can see that entrance and exit where it's pulling it apart a bit, but it really is trying to pull those cars off of

Main Street on the district property. Okay. Anything else? Good. All right. Um, hopping over to the middle school. Um, this work uh obviously all scheduled like we just discussed all for the summer of uh 2026. Um, ultimately what is going to occur here is the existing um exit point will be eliminated. We will have one main entrance and two exit points um to the front parking lot with uh an additional queuing lane. You can kind of see the existing ashvault underneath. So, we're going to add a large swath here for this additional queuing to get everyone off Briner. Um and then they will be able to queue as they're coming around to the front of the building. And then the other entry/exit at the main entry on the front will be eliminated as well as

part of this design. So you'll have one access point which will hopefully alleviate obviously all of the bottlenecks and the parking um from the parents up here that sit on uh Grinder you know for the duration of you know arrival and dismissal. Um and then we've also increased the size of the entrance and exit into the existing parking and we've pushed out and added more um parking options and queuing lanes and will this will allow to get the vast majority of cars into the queuing down through the school and then back around. Um, all the area in black is all new full depth ashvault. And in the back here, this is your existing parking that will just get a mill top. So, we'll scrape off top section and it'll all be new ashalt, but it

won't be the full depth um removal like we'll have here over here. >> And that's for stair on this side, right? >> Over here on the left side. So, the parents are in front. Okay. Yes, I believe there's still there's parent pickup in the front and on the side and we have staff members that park up around the park on the side as well. But we we'll utilize both uh the lot in the back is where we do bus pickup. >> Yep. >> Okay. >> So, that's middle school. So, it's going to be very busy, you know, and again, this is going to be kind of a no access zone u for the duration of construction because we're going to have fencing around this entire uh property basically to keep people out. Um, so the

only access we'll have for the summer 26 will be from the uh north parking back here. Any other questions for the middle school? Okay. All right. So, some very pretty these, you know, look a little nicer, I think, than the parking lot renderings. So you can see um the updates we have here from architects who's our um playground contractor who will be installing the new playground over at Paris Hill. Um one thing to note is we did add as part of the project there is a border um that will be around the um surface that gets installed um a a sidewalk, excuse me. So that'll be the perimeter. So there'll be a little more of a hardcape kind of surrounding um you know everything that we have going on out there which was uh an

add to design but I think a good add design. And then here's another angle of the rendering. So that looks very nice. Very welcome to the community. Um any questions on the playground? Do we know what's happening with the old playground at this point or is that still up in the air? >> We believe that the town is interested in repurposing the equipment. So, we would coordinate with them in terms of a removal schedule. So, they would come in and actually would save the district in terms of funds needed to remove the equipment. They would repurpose it and then we would connect it with our installation. Um, and so believe that that'll still happen this spring and summer. >> Yep. Yep. and would like to thank the committee of uh parents, faculty and staff at

Harris Hill that met boy probably four, five, six times something like that over a year and a half period to provide input and uh support for design. So excited about this edition at Harris Hill. Um all right, so uh stepping back to midday. So this occurred on November 21st. Um contracts, we had these approved at the December meeting. So we had a presentation slide there showing all the contracts. um you know that were available to bid. Uh just wanted to touch on real quick you know the participation which is you know something we as construction managers of Buffalo Construction really strive for is increasing the amount of um biders showing up on bid day. Um ultimately that you know inro improves more efficiency and dollars back in the district's pocket if we have more biders

taking a look at it. There's more competition and the numbers get driven down. So throughout all the contracts we had bid. We had a very high participation, especially the site work. Um, a little lower in the electrical, plumbing and masonry and and a lot of that is sometimes a function of all the other projects and works, you know, that's going around in Western New York. So, the contractors will take on, you know, obviously as much as they can and if they're a little overwhelmed and the ones that showed up lighter, electrical, plumbing, and main street, we kind of expected that just due to the volume everywhere else. So, overall, we were very happy with the amount of beds that showed up. Um and then hopping into the budget. So as part of the last um

uh board meeting, we had these contracts approved. Um so we have a total here. I just wanted to review quick to kind of uh incorporate all of the project budget and where we stand today as far as what we have available on the project. Um so as far as as part of the base contracts, we've got 12 million2 uh allocated. Um we included dollars on state contract um for Ronco. Ronco is a supplier uh for the public address uh equipment and material that will be installed as part of the uh middle school project. Um the Fry um this park numbers that's for the playground and then uh we just got an update um from E+ on the district's IT site um to include districtwide phones. Um so this $463,000 number um it's the first time

anyone's seeing it other than internally to the district which um Bob from IT and Patty and Brian are procuring those numbers internally and then um showing these you know here in additionally as part of the IT infrastructure um we are going to be adding PA switches, VDI servers, wireless access points and camera switches. Um, so right now the dollars that we have here associated to those costs are just budgetary. Um, we're still in the process of of getting numbers and vetting those numbers to um hopefully lock those down. Um, so we're just carrying budgets for now for these four items which are listed here. Um, but the state contract IT purchase portion right now we're showing 3,124,037 for project subtotal of 15,4. Um, So then if we go down to the overall project budget carrying

the bid contracts and the state contracts um we've got 154 number and then we always allocate a construction contingency. So during construction if there's problems and and we need additional monies for change orders or there's you know something that needs to be addressed as we uncover things and open these up we'll have a a pocket of money. So, right now we've allocated 5% of the overall construction cost um to encompass some of those um potential dollars that might come up down the road. And then this obviously protects the district to have that budget. Um and then all the other line items that are included in the soft costs are included here for a total commitments of the shade over 19 million4 and our referendum's at 20 million6. So that leaves us with a little over

$1.1 million. Um so from a financial standpoint, the district's sitting in excellent shape. Um the bid day values that we had on the initial bids came in a lot lower than expected. So we did save uh substantially there. Um and this money here now will allow us just in case our budgets for some of the state contract work for the IT infrastructure if that comes in a little more over budget than we anticipate. Um we've got a nice pocket of money um to you know allocate accordingly. So overall the district is in great financial shape. >> Questions on the budget >> down the line. If those things stay true to the numbers, can we add we can can we add something or make another page? >> So we usually like to get into the the

the piece once we purchase this material and we get into construction um we'll make a determination you know accordingly to hold a proper budget if there's extras. Yeah, we'll get into that. All right, so our next steps, um, we're in the process now of finalizing the contracts, uh, with the contractors, approving their insurance, basically getting, you know, everyone engaged and ready to go. Um, we have worked with everyone in the meantime to start submitting all of the material that's part of the project. and between BCC and Cadenni, we're already starting that review um to get the material on site and the material that you know has been designed to be on site. So, we're going through that process right now and then, you know, getting ready for the summer of 26. We've got to get

all the parts and pieces here on time um to start the work that we have planned for this summer. Um and currently we're we're in great shape. We're having our project meeting. So, Yeah, the uh getting the material order for the rooftop equipments is um they're usually a long lead time item. So, uh we're pushing pushing to get everything through in uh in order. And then uh if there's anything else for the capital project, any other questions? Okay. UC Thanks, Justin. Uh, along with the capital project, we're sort of running in parallel with uh an energy performance contract. And just as maybe a refresher for some of you who know what that is and maybe some of you don't, um, that is a project where we will make specific uh improvements in energy efficiency by

replacing uh older items in the buildings and the savings and utility savings will ultimately pay the cost of those upgrades. So in this case, uh this project is really focused around replacing lighting. So you've got quite a bit of old uh fluorescent and HID lighting fixtures throughout all the buildings. Those are all going to be replaced with LED fixtures. So we are looking at work in all six of the school buildings plus the transportation building and the buildings and grounds building. And then there's some exterior lighting also at the high school site and I believe the transportation site. Uh roughly 9,000ish fixtures will be replaced as part of this work. Uh the project cost is just a shade under 2.3 million. And uh as an update to our project timeline, uh right now as of

this point, we're working with um I should mention uh John W. Danport Company is the uh provider of the uh funding and the uh construction work for this project. So uh at this point in time they can they've completed all the building audits. So they walk through all the buildings to understand the exact scope of work exactly how many fixtures can be replaced, what pipes and where. Um so that part is done. They are developing detailed scope uh more technical documents that we use to purchase the equipment and hire contractors for replacements. That work should be done uh we have a meeting tomorrow frankly to to go over the pro their progress on that. Uh we will be submitting design documents to New York State Ed Department for permitted approval uh right around the beginning

of March. We expect to have approvals from the state education department by the end of March. Uh shortly thereafter, uh Danforth and their contractors will start the installations. We'll be working with the district to set a schedule for which buildings and what priority that takes. Um construction is targeted to be done this spring and summer. So by the time you return next fall, this merge should be out. >> Any questions on energy performance contract? >> State get it back in time. That seems like a quick turnaround for state. I said it seems like such a quick turnaround for state ed. >> Um yeah, right now they're actually one to two weeks for review time. So we expect a month should be >> perfectable. >> Yeah. I guess the overall scope of this it's kind of

seems like a large project but we're touching all the fixtures. We did a little mockup or two mockups in the high school. I don't know if anybody had an opportunity to check it out but it's actually very interesting to the direction we're going with I guess we'll call it the controls. I mean traditionally you have hardwired fixtures that run into a switch uh and have very little controls. It's all manual. But with the stage education department, they want us to put in, you know, daylight harvesting controls, uh, occupancy sensors and, uh, just to make it as energy efficient as possible. So, it does pay for itself. Well, we did the two mock-ups, and it's very interesting. The deeper we dug into the controls is a lot of it's wireless and battery powered. So, of course,

I I did a little bit of research and they have this technology is not new, but it's not done everywhere, but there was several schools in Rochester that put this wireless Bluetooth technology in their rooms where the wall switch is essentially a Bluetooth device. The light harvesters or light harvesting sensors are Bluetooth along with the occupancy sensor. The only thing that's actually hardwire is a controller that's in the ceiling. So, it's very interesting. Um, the schools that I talked to both liked it. They you know they they thought that the battery the batteries did last close to 10 years. So that was very good news to us. That's about the the time that all these batteries will last. So little coin cell batteries. Amazing that things last that long. But if you get a chance,

the high school math wing has the two rooms that we built as a mockup. And if you need any kind of explanation as to how it works, it's it's very interesting. You know, we have we'll have close to like we have 350 rooms that we'll end up putting this new technology in. It's going to be exciting. I'm I'm kind of excited for it. I'm nervous cuz I'm old school. I like the hardwired stuff, but >> but the Bluetooth is is the way of the future. >> It's interesting stuff. If you get a chance, stop by. >> Thank you. Thank you. >> All right. Any final questions or comments for our capital team? >> Thank you, J. >> What exact math room is it? Number room number 248 250. >> I just like to thank you

guys. It's been a long haul and the facilities committee enjoys working with all of you. playroom. Thank you very >> Thank you, gentlemen. Have a good evening. Thank you for being with us tonight. >> Thank you. >> I can't wait for the playroom. >> I just want to run around. All right. Uh third report tonight is the uh first in a series of budget updates for our board of education. Uh I will just say that if you're coming into the K12 space and you think that a budget is created over a couple week period, a couple month period. Uh it's not. It's a long process. Um and as we move through the process, it gets more and more specific, more and more detailed as we go. So tonight, as we think about a report, we

still have a lot of unknowns. So, this will be a shorter report than the ones to come in future meetings. If I move too quickly uh past something or through something and there are questions or comments, please just stop me and we can pause for some additional conversation. But again, people who are may not be familiar with a school budgeting process may say, "Geez, this is shorter than I thought." Uh right now, we're trying to set us in the right direction knowing that there's more detailed information to come. Uh here's a slide as always with an agenda for our conversation tonight. It's going to talk more about goals and timeline and some preliminary numbers uh that will get more detailed as as we move further. So, first whenever we're thinking about putting together a proposed

spending plan which will go out to the community for a vote in May, we always begin with our organiz organizational per uh purpose and we think about as a school community what is important to us and and what we expect as a school community. And so we like to anchor that in our mission statement and think about our strategic plan and things that are important in Clarence. It's important for us also to recognize what we're supporting as we put together a budget and move through this process. Um if you're watching a board meeting or attending a board meeting for the first half of the year, you'll notice that the majority of rep reports are more program focused and the second half of the year they really are more finance focused. And that's not an accident.

That's really talking about the programs and the strategic priorities that are important to us and then talking about the resources needed to make those things a reality. What's interesting with the next couple slides is that they are darn close to what we saw last year. It's surprising how little movement there has been. So, when we think about our student enrollment, it is very, very close to what it was at this time last year. You can see uh just a few days ago what the total student population was, just over 4,000 students. If you go to the New York State School report card, it typically lags about a year behind as they collect data from schools. But you can see that of our 4,000 plus students, about 1% are categorized as English language learners, ELLL learners.

About 14% are students with disabilities who have IEPs. And then the third students who are uh classified as economically disadvantaged. And again I believe if you go back a year in time this slide looks exactly the same just a year further in terms of data. So very little movement when we look at needs and characteristics of our demographic profile. We do work with an outside partner that helps us prepare for the future in terms of enrollment projections. Uh if you look over the next 5 years, we we anticipate seeing a slight uptick of maybe 1 to 200 students over the next 5 years, but relatively stable. Most schools in New York State are seeing population dips. We're not seeing that. We're not We're also not expecting the uh population explosion that sometimes you may feel

if you're driving through the community and you see different subdivisions or different parts developed. We anticipate a slight increase over the next 5 years. I have listed here just a a series of points of pride. Um you're well familiar with these by any metric and measure. Clarence is a place that we're proud to be a part of. One of the highest achieving school districts academically in Western New York. We have uh athletic teams that experience a a rare level of success when it comes to individual and team accomplishments. When we think of the arts and we think of music, our students are really doing incredible things. and some some of those designations and notes uh are there and we need to make sure that as we're thinking about putting a spending plan out it can

support this level of programming and experience that we've come to appreciate and value here in Clarence. Uh very uh early on in the process in the fall you vote on and approve a timeline. So this guides our budget development and you can see at January 12th where we sit today. So we're going to talk a little bit about budget drivers and assumptions and then we're going to talk about some anticipated uh revenue sources. Again, this is very general. This for us is saying what do we do? What do we know now that is of significance and what are we keeping our eye on as we move further into the budgeting process. Uh so first and foremost when you look at a school budget about 70 to 75% typically is spent on uh faculty and staff.

is the human component of education which is as it should be. And so we think about contractual commitments, wage commitments and we think about health care costs. Those are the big uh those are the big budget drivers. With regard to the first bullet point, contractual commitments, we have collective bargaining agreements in place for our collective bargaining associations here in Clarence. That's incredibly helpful as we think about putting together a proposed spending plan because we can look at those agreements and can we can look at where different individuals fall with regard to wages. Health care, as you know, not just in your own personal lives, but in a school sense, can be much more volatile. Uh the increases that we're anticipating for next year are more significant than we experienced for this current school year. We

work with an outside partner that is expert in the field of healthcare. Right now, they're anticipating close to a 9% increase in terms of health insurance and a 20% increase of stop-loss insurance. So, that is for those cases where a claim may uh go to greater than $160,000 during a school year, then that stop-loss insurance would kick in uh and would cover after that. So, those are two significant numbers for us. When we think about health insurance, the teachers retirement system, employee retirement system, you can see the increases in terms of percentage. Even when they go down, it's important to just note the fact that that is a percentage that is paid on salary into those pension systems in New York State. With regard to utilities, we don't have uh hard numbers to work off

of yet. We are nervous about fees and nervous about increases when we think about electrical cost here in the district. uh when you talk to people in uh and power companies right now, there's a lot of infrastructure build out that is impacting fees that people pay as well as the cost for electric. So, we have seen a spike this year. We anticipate that continuing into next year. Uh we're coming up on the time of year when our student support services department begins to regularly hold cse meetings and make program determinations uh for our students for next year. That will go all the way to the end of this academic year. and then over the summer uh it is typical for families to leave our school community and join our school community and programs and services

that are required may not be the same. So this is a number that uh continues to fluctuate and we need to make sure that we are prepared with the resources needed to support that. And then at the end of final bullet we have seen a consistent increase in terms of our vocational programming here at the high school lever level. We have more and more students each year that are taking advantage of really engaging vocational programs that are supported by Boseies. So they'll spend half their day here in district and then they'll spend the other half uh out in those programs. It is an incredible opportunity for students. It is not one that doesn't come without a resource commitment. And so as Dr. Grupka is working on the budget and our finance committee uh with Mr.

Fuches um Mrs. uh Mr. Fuches, Mr. Pury and Mrs. McGarero and the finance committee is meeting. This is one of those things that they'll take a look at. And then our instructional technology. As we move further into the future, we want to be purposeful with the technology that we're using. But we know that it is much like the oxygen we breathe. We need to have the infrastructure. We need to have the different programs that can uh support student learning. So, as we move forward, those are some items that we're watching carefully. With regard to what we're hearing about revenue, there are essentially two uh places in New York State where schools receive meaningful revenue. one is from New York State uh in the form of aids and then the second is uh local uh funds

that come in the form of property taxes. Um we should be able to estimate our property tax cap over the next few weeks. There's a calculation provided by New York State. Dr. Grupka is collecting the different information that goes into it. It will have to be reported to New York State, but it generates for us what that tax cap level or limit will be. And then the board will have to align that with uh spending recommendations as we finalize a budget. With regard to New York State aid, uh what we're hearing from New York State is that we'll see smaller than uh smaller aid increases than we have seen in recent years. New York State comes out with draft budget runs in November for schools. For us, when it comes to foundation aid, the number

was held at zero. We didn't see a decrease. We also didn't see an increase. So, that is a troubling indicator for us. Whether we're thinking about our personal budget or a school budget, we know that the cost of uh essentially everything is increasing. So, from that major uh revenue source of foundation aid, uh we anticipate it holding flat or uh hopefully a slight increase. There are different types of aids that are formula driven. That is a sort of separate thing that we'll review in more detail the further that we get uh into this budgeting process. For people who follow what's going on in Albany tomorrow, the governor will give her state of the state address. If you're listening to her address and she talks about state aid and she uses any hard numbers, uh don't

run out of that meeting and say we just got the final numbers. That is the first step. The Senate and the Assembly will come out with their numbers. There will be a negotiation process uh and and final runs will come out later on this winter or early in the spring. We don't anticipate any large swings in terms of Erie County sales tax and we do uh we do anticipate appropriating the same amount of fund balance that we did last year 2.5 million from uh existing reserves. So what's next for us? Um continuing to collect and review information as it becomes available waiting again on those state allocations. working with faculty and staff to finalize needs for next year. When we come together for our February meeting, we will take a deep dive into the area

of transportation, buildings, and grounds and technology. And then after that in March, we'll look more specifically at instruction, special education, and athletics as we're pulling all these things together and going out in May to the community and asking uh residents to approve a spending plan for next year. So again, that is a relatively brief update, but wanted to give you a sense in terms of what we know and what we're watching as we go further into the winter. So with that, I'll pause to see if there are any questions or comments from members of our board team. >> Any questions or comments? >> All right, thank you all. And then last report tonight, I'll turn things over to Avery [clears throat] Collins. The day before break, the high school hosted the third annual women in

STEM seminar. This event consisted of a course fair for underassmen with all the upper level science, math, and technology classes. Then, six successful alumni from Clarence spoke at a panel for juniors and seniors. This event was a fun way to empower young girls into pursuing careers in STEM and a great way to end school before the new year. The music department spread holiday cheer before break. The Clarence Corral performed carols and music for their concert at or from their concert at the Clarence Contemporary Club as well. They performed carols in the foyer and corral alumni joined in. The annual tradition of tuba Christmas occurred where tuba and euphonium students and alumni played music before break. The high school and middle school engineering club traveled to Sunni Niagara to participate in the annual competition of tech

wars. Dozens of high school stu dozens of high schools traveled to participate and many teams from Clarence won. It was such a wonderful experience for students to use skills learned in the classroom for a fun competition. The high school student council hosted their annual kids night out where third, fourth, and fifth grade students from all elementary schools came for a fun holiday night. High school students led these kids through snacks, crafts, and fun games. Middle school musicians traveled to the community to also spread spread holiday cheer. The show choirs traveled to Brazwell Park and the Clarence Senior Center to perform. Musicians al also performed in the school for faculty and students. Congrats to Kais Matun for winning the Western New York lineman of the year award. This award is given to the top senior lineman.

He is the first Clarence football player to receive this award. Along with Kais, Ivan Puzzlowski was also considered for the award. Congrats to these student athletes. Congratulations to the nine or to the nine Clarence High School seniors who were inducted into the National Technical Honor Society. This recognition is for students who attend Boseis and harpies pro harpness programs and who excel in their studies. We are so proud of these students. Middle school students got to show off their entrepreneurial skills in participating in the school's makers market. The students got to sell their own creative products and practice business skills as well as raising money for the school's holiday food drive. First graders at Harrisil collaborate collaborated with their loved ones to make code squares. These students were joined by their families in class to share

their interest and create one big quilt of their loved ones after the event. >> Thank you. All >> right. Thank you, Avery. That's it. President Barts this evening. >> Thank you. No public comments. Correct. All right. We're going to move on to finance. I'm Dr. Rupa. >> Thank you. Today I'll be asking for approval of the November financials um schedule bill and check warrants. approval of two transfers, one for special education and one for nursing services. Um a resolution to approve of participation in cooperative ping purchasing alliances. This is something that we do annually. Um this year we're going to be using them hopefully to purchase some items for our capital work. I'm asking for approval of our tax report. um approval of purchases through the piggybacking contracts for capital work including um our PA

system at the middle school and some of our technology equipment. Approval of testing agencies for the capital project. Um approval of our architect contract with Kadani for the energy performance contract. Approval of a small grant for safety training through Perma. And finally, approval of a custodial bill uh bid for supplies. >> Thank you, Dr. Gupka. Do we have any comments or questions on F1 through F10? >> I just have a question on F9. Is that perma grant going to be utilized for all the buildings? >> It is actually it is a training grant and we are training all of our we've trained all of our teacher aids. We'll be training all of our clerical staff. Um we trained all of transportation. So it is for deescalation training. Um it they've been it's uh we've done

a train the trainer model. So we now have trainers at every every building that can both train and support. So really exciting stuff. >> Thank you, Dr. Hearing. No more comments. I'll take a motion to approve writers F1 to F10. I make a motion. >> Thank you, Cindy. Do I have a second? >> Second. >> Thank you, Trisha. All those in favor? >> I. Motion passes. Personnel, Mr. Michelle. Uh yes. For instructional, we have five coaching resignations. For appointments, we have a regular substitute at the high school, an elementary guidance counselor, and one high school club adviser. P3 is the notification of tenure, which isformational only, followed by P4, which is notification of tenure, which was reviewed last meeting, so that requires action. P5 is listed of the presentation compensation. P6 are changes to our

substitute list. And P7 is the resolution to extend the superintendent's contract. >> Any questions or comments on P1 through P6? Hearing none, I'll take a motion to approve item P1 and P2, P4, P5, and P6. >> I'll make a motion. >> Thank you, T. Thank you, Adrian. All those in favor. All right. The motion passes. Non-instructional, Mr. Michelle. Non structure. We have three resignations from the building's grounds department. One request for a leave. Prior appointments, we we appointed one high school aid. Appointments for this evening. We have a cleaner, a custodian, two bus drivers, and an account clerk. P12 is anformational item as the minimum wage has changed in New York State. So, there has to be some adjustments to some of our contracts as well as all of our uh lifeguards and some of
