005you o any other announcements all right Erie County Association School Board Representatives any reports go ahead Don um I attended a budget and finance meeting and the um Erie County school board's 24-25 budget was approved for submission to the delegate assembly and I do have a meeting on Wednesday March 6th to review the award um award um applications for the awards L dinner that's held in June and that's it for that thank you Don anyone else uh yes there was a delicate meeting on Thursday but we didn't have a quorum so we couldn't vote on anything so basically nothing happened thank you Trisha any other reports if I hear none we'll move on to the superintendent report Dr frame it's all yours thank you President boli we have three different reports this evening the first
006is an update from Sheridan Hill the second is a 2024 Capital project planning uh conversation and then as always we have uh student body update from uh from Lewis so three different reports this evening um for a number of members of our governance team we had a great start to the week we started our day um at Sheridan Hill this morning and we had a chance to attend an assembly which took maybe 45 minutes 40 minutes and then we uh were able to stop into a couple different classes and we had a surprise visit into one class that had a mystery reader um who was the varsity coach of the men's basketball team at UB and he brought four different players with them so we had a really fun um and a really nice start
007to the day and we can't tell you how excited we are to have so many students families and members of our faculty and staff here tonight if you don't know every year our board visits all six of our school buildings and then the building's principles and student leaders they present and so you are last we have heard from all five of the other buildings and you are last don't tell anybody from the other buildings but we save the best for last uh when we meet as a board so we are really really excited to spending some time with you tonight and we'll turn things over to you Mrs aroyo thank you Dr frame and the Board of Education thank you for inviting us here tonight um this is my sixth year as principal at Sheridan
008Hill and each year I feel that I present in some way student leadership uh when I come before you to tell you a little bit about our update and report and this year um I really thought about the evolution of student leadership over those six years and what better way to show that than with a number of our student leaders here at Sheridan Hill um many of which are in fifth grade if my fifth graders would just raise their hands so my fifth graders if you did not know walked through Sheridan Hill doors the exact same day for the first time that I walked through Sheridan hill we had our student orientation on my first day so um they hold a very special place in my heart and have been really um wonderful student leaders
009throughout their time and then my time also at Sheridan Hill so today what I'd like to take you on is a little bit of a different perspective we have a kid view of Sheran Hill what they Experience day in and day out I simply gave them our four guiding post that you asked us to share out on and I let them write their scripts I let them brainstorm ideas on how they view Sheridan Hill after each of those um bullet points we will also hear a little bit of background from either myself or from teachers at sharen Hill on this is fantastic on this is the way that kids view it and these are just a couple of things that we do as a framework to help support that so we're going to start off
010with our first group today our first group is going to talk to a little a little bit about that high quality teaching and learning experiences for all hello my name is Madison daer and I'm in Miss Peter's fourth grade class I have gone to Sheran house since I was in kindergarten and I have so many great memories one of my favorite is learning opportunity I had was in Miss pinsky's first grade class in the spring we learned about baby an and we had a special unit on Ducks some of the biggest parts of the unit I remember were being able to observe the inside of the eggs while we were while they were in the incubator making predictions about the eggs hatching based on our observations and then seeing the Ducks hatch and even learn
011how to swim seeing the science in action made it most memorable my name my name is Joey Bennett and I'm in Miss Riley's fourth grade class you may have noticed some really cool learning experiences on Sheron Hills social media Pages this year but my favorite share took place last year when I was in third grade this was also the year I started sharidan Health in third grade we started a well-known event around the world the idod it was really cool to way to learn way more than just about a bunch of dogs racing we studied the history behind the idat did you know it started because of the theory and the need to deliver medicine during the unit we chose musters to track while they were on the course we also studied different dog breeds
012using multiple resources and how to present our information using Google slides we even learned a song about the ID Rod hi my name is Aubrey herd and I'm from Miss bounders fourth grade class when I think back to my time at Sharon Hill so far I really love learning about Yellowstone National Park and the Wolf unit in third grade we had a special wolves trunk arrive that was packed full of pelts fur pelts skulls and other real life artifacts for us to study getting to know more about the animal life cycle survival and the fear of animal Extinction made me think more about animals in real life hi my name is bradden and I am also from Miss Bonner's fourth grade class this year has been pretty memorable because of our social studies units I
013really liked learning about explorers and New York's in jesis people as part of the end of our unit we were able to make long houses to represent our learning not only did I get to make replica of what Native Americans houses looked like in New York I was able to represent it in a way that showed and explained what I learned another exciting part of our elementary experience are the field trips we able another exciting part of our elementary experience are the field trips we were able to go to this year the fourth graders went to the birfield penny Art Center while we were there I thought it was really cool to see a replica of Charles birchfield's office with his exact chair easel and a photo of him making art in his office part
014of our visit to the art center was to explore the pieces of oat it was really neat because we got to meet and Otis while we were there there was also our fourth grader at Sheran H Hill who his grandfather had art on display that we were able to see one of my favorite art pieces was where an artist used te rappers to create an art piece with many words on it it was so interesting while we were there we didn't just see finished art pieces we made art two the art pieces we cre created was related to the solar eclipse exhibit we use toilet paper rolls to create a print of four phases of the solar eclipse I especially like this because I want to be an astrophysicist when I grow up an idol
015of mine is a famous astrophysicist Neil degrass Tyson making this art was fun in fourth grade we also learned about the American Revolution I'm really looking forward to going on another Fiel trip later in the spring to Fort Niagara going on field trips helps us see our learning come to life and make sense in the real world good evening I'm Colleen cisar art teacher over at Sheridan Hill and I had the phenomenal opportunity to take our fourth grade classes on their field trip just a few weeks ago in February so as part of the our education department throughout all four Elementary buildings we make it a point to make sure we get into the community and see what there is for us to see in the world of art so this year I chose to
016take shared in Hill fourth graders to the birchville penny Art Center on the Buffalo State campus campus and it was a phenomenal tour because students were able to see a lot of different types of artwork that inspires the pieces they create within the classroom and in the fourth grade curriculum students start to learn the critique process so they're learning how to describe artwork how to analyze interpret and come up with their own judgment or ideas around that artwork and then this responds back into their Reflections about their own art making process and how to creatively problem solve so as our artist up here talked about we were able to see one of the artists in person who happened to stop by and view her own exhibit so it was really exciting because they finally got
017to put some of those critique skills to the test and ask some questions to this artists about their creative process so that was really special to them and then additionally we did have a student whose fa a grandfather is a sculptor so she got to see her grandfather's artwork and shared it with her peers and something that was just very relevant to the current event up coming in the spring was the solar eclipse exib exhibits and so we were very excited to get to see that and be part of the process of not just looking at what a previous artist did before us in our time in the history of their experience with the solar eclipse but we also got to create our own artwork about that that students brought home after everyone's hard work
018we earned those solar eclipse glasses we all brought those back with us home and a lot of students talked about that trip and how special it was we had a few students go back over the February break and bring their families and I've been encouraging all of our classes to go back on the second Friday of every month at the Birchfield Penny because it's part of second Fridays where everyone is invited to join with their families free admission and there's a lot of opportunities for art making there together too thank you very much and thank you to our fourth graders for helping us understand that high quality teaching and learning experience is for all so I simply asked them what was your favorite part of being part of Sheridan Hill so far and you noticed

020am in Miss so's fifth grade class when I think about having a healthy learning environment at school I think about being a part of a community at Sheran hill we have a student Lighthouse team and there I feel like I am am make and I am helping make make a difference for our school the student Lighthouse team is a group of third through fifth graders who come together and plan assemblies and events for our school we come together once a month to plan skits write scripts for announcements and make posters to to promote positivity throughout the building hi my name is Mary bulos and I'm in Miss mun's fifth grade class you might be wondering how do you get on the student Lighthouse team well each spring incoming third through fifth graders are given the
021opportunity to apply to be in the student liouse team some requirements on the application include being Dependable reliable and respectful completes classwork and homework assignments on time demonstrates exemplary con conduct and citizenship in and out of school demonstrates good judgment and decision-making skills another component is to describe ideas that we can bring to the team to make the school a better place hi my name is Alison Davon and I am in Miss posito class our student Lighthouse team has about 25 members Sheran Hill has so many other students that we encourage to be leaders so that we all feel that we are doing our part to make our school as great a great place to be we have grade level and class leadership roles in Opportunities throughout the years to develop these school good evening
022we are Hannah droel and Marissa marford and we are the student Lighthouse team advisers as Charlie mentioned the team is made up of 25 students these students were hand selected out of a large pool of applicants one question on the application that stood out to us was a question where students were asked to share three reasons why they wanted to be a part of the student Lighthouse team the members that you see before you today shared ideas that would have a positive impact on our school and community and not only were we Amazed by their answers on their applications we continue to be impressed by their actions and ideas each time we meet we began the student Lighthouse team last year with a group of students who had never been on a leadership team before
023and it was Hannah and my first year leading a leadership team as well our original goal when we first sat down was just to improve our school's Culture by giving students a voice uh not only have we surpassed that we feel that the student feel heard and can really make a difference with their actions and their ideas in a supportive environment when we say that this group is student-led we truly mean that it's student L if you came to one of our whole group meetings you would see a bunch of small groups of students around our gym spread out working together to accomplish various goals and then you would see Hannah and I running around amazed with each of the groups that we meet with uh they kind kind of wait for us to give
024them the go-ahead as we run around just giving them thumbs up and saying it's a wonderful idea and just helping support their ideas and make them come true one group might be making posters to decorate for the school another group might be making a dance to promote that month's habit or preparing a script or a skit For an upcoming assembly another large component of our leadership team are our five Fantastic Fifth Grade ambassadors of whom are the students leading the student Le meetings as you saw today at our monthly assemblies Marissa and I take a step back and allow students to take the lead our ambassadors meet an additional time each month with us to create goals for the whole group meetings as well as take a look at events happening within the school and
025the community to see how we can further support them for example our members have advertised events on announcements aided in collection for of food for food drives and promoted to younger grades how they can build their leadership habits as a second grade teacher I have firsthand been able to see the influence that our upper grades have on the younger grades for example we just finished our random ax of kindness T and I got to see student leaders encouraging younger students to take part and be super excited about it our leadership team is making being a leader and having these leadership habits seem pretty cool which we're very very proud of uh Rising students often share that they want to join and second graders often ask me why they have to wait until third grade to
026join as you sit and listen to these leaders you're probably impressed that's how mariss and I get to feel every time we interact with them and we look forward to watching their leadership continue to flourish there are ALS there are also some awesome people in our building that help us feel safe and want to come and learn the teachers of course but in particular Mrs dzal our school counselor Mrs dzal is a very busy person but I know even if she is not in her office when we stop by we know we can contact her M Rosal has a special box where we can write a note about something that is becoming a problem or bothering us Mrs josal checks the Box throughout the day and finds us to help us work out any problems
027we are having Mrs D roal is Awesome with on the spot help but she also comes into each classroom once a month to teach lessons about important topics like leadership habits feelings and character skills she teaches us through read alouds and fun activities wow on the spot help and class lessons but Mr Rosal also helps us by us grow by meeting with groups sometimes kids can come down and meet with her during lunch and other times students work with her to help work out similar problems throughout the year we also have other people that meet with us as classes that help us feel safe at school Miss Royo and officer bow and even community helpers that give us a space to ask questions and help us understand what we can do to make sure we
028are having the best experience at school each day with the Elementary School counseling program being in its infancy it fills my heart with so much happiness and pride to hear students speak about the school counseling program we work from the mtss model and we first start with the schoolwide initiatives the classroom lessons that I deliver once a month to every grade level really focusing in on those social emotional competencies self-awareness self-management social awareness relationship skills and responsible decisionmaking and not only do we get to hit on those social emotional skills but also Al academic skills with group counseling and individual counseling as well as Career Development we have career exploration days coming up next week so I have the fortunate opportunity to work with our student Lighthouse team to even help me reach those initiatives
029um as one person I go to my leadership team for help to promote initiatives like the February's randomx of kindness challenge so we take that tier one approach and then for the tier 2 interventions I offer School counseling groups that are run in the fall winter and spring and they meet a variety of student needs based on what the needs present students can be referred to groups by parents and family me um parents and Guardians and faculty they could also refer themselves for counseling a huge goal of mine is is to empower students to advocate for themselves that is a big reason why I have the mailbox system in front of my office for students when they see if I'm not in my office or if I'm busy that they can write a note leave
030me that note in my mailbox and know that I will be getting back to them that day or at least reach out to their teacher and say hey when is it an okay time for me to pull them for just a checkin and then thinking about um I went blank thinking about more the behind the scenes things so another one of my goals is just that school to Home Connection the ability to involve faculty in reinforcing these skills with our students so the indirect way to support students with monthly emails to faculty saying this is the social emotional Focus that we're going to be working on in classrooms this month here are some activities that you can do in your classrooms to further support this skill with your students and then for families every month
031a newsletter sent home saying this is the month's habit this is the month um the month's seal focus and here are some upcoming events and here are some things you can do ongoing practices at home to continue these conversations with your children and then taking it with those tier 2 interventions with those groups of weekly emails of this is what we covered in group and here is how you can continue that conversation at home so I just thoroughly enjoy watching my students grow with their skills whether I hear my students say all feelings are okay or I watch students invite each other to play or I watch classmates quick to help each other in need or I see a student pause breathe and then make a smart choice the school counseling program maximizes Stu students
032success by acknowledging and fostering their needs for safety a sense of belonging and self-esteem thank you thank you very much so when I first you you may be seated when I first saw this bullet point I thought okay hopefully we are Beyond fire drills and see what we can do um so it really warmed my heart to hear what kids think when they think of a safe learning environment all right our next is our consistent and effective communication so asking the kids how do we communicate here at school come on up good evening my name is Andrew laaga and I am a student in Miss soer fifth grade class morning announcements are one W that we make sure to get important messages out to the entire School newscasters that deliver the messages are fifth grade
033students and sometimes we have a guest appearance by other sharks too this is a great opportunity to practice our public speaking skills and is open to all students hi there I'm Addison Abrams and I'm fifth grader in Miss stenberg's class I love being on morning announcements this year we make sure to include news like upcoming events that bring us together as a school Community like the Bingo night or Sharon Hill talent show speaking of the Town show I was excited to share my comedy act and I also like each Friday our announcements have Friday Funnies that are submitted by sharks themselves on Fridays we also put a Fins Up to sharks that were caught beinging leaders we love to recognize the leadership in our school hi my name is Grace Bello and I a fifth
034grader in Mrs so's class another way we communicate through as a community is through World traveler Wednesday we travel around the world virtually and have guest newscasters share with the school The Pride they have in a country they have a connection to we talk about upcoming events and share out leadership but our announcements are a great way for us to remember them Importance of Being a shark each day we talk about ways in which we can practice being a part of a community Through character strengths like courage humility and respect this puts us in a great frame of Minds when we start our day another way we communicate and come together as a community is at our monthly assemblies these are led by our student Lighthouse team we learn to collaborate and right scripts and
035come up with ideas for our time together the purpose of our monthly assemblies or leadership Gatherings are to share out the great things going on at Sharon Hill and to better understand our habit Focus for the month when we come together as a school we sit with our buddy class you might be wondering what is a buddy class upper and lower grade levels are paired together so students have opportunities to make friends and be role models for each other I love going into my buddy class and sharing a book or doing a fun craft being the older Body Buddy is also super cool another really cool part of our assemblies is when we have guest readers share a story book with us our books are always based around our habit work and this need to
036see different adults share in our love of reading we've had Miss hulling our school nurse officer bow and even Dr frame Reed to us today so we have a lot of um logistical Communications but really what we wanted to also focus on is that c cultural communication those Logistics those Blackboard connect messages that go out even our newsletters but really the communication that we feel throughout the school and that's really put on by our teach or by our students and um actually Grace and Addie have something that um a whole group of fifth graders did to really help that positive communication through our school and it again just shows that student L leadership so I'm going to let them um talk to you through that but you'll also see an example of it in front
037of you I believe Grace gave you some of the positive postcards hello again Edie and I are here to talk to you about the shared Hill flash card inspiration station how did it start you ask well one day we were drawing on flashcards while watching a movie one girl in my class had a brilliant idea to start spreading positivity on flashcards it all started with a price but kindness in positivity you can't buy that so we decided to drop the price card kind of spread around the school and it became a big part of our school people started to stop at the inspiration station to pick up a card Mrs AO helped us grow our business and make a new positive impact on our school life after it started our business grew and more people
038joined in we can't believe this started from a few simple drawings we also have created posters that hang around the school giving information on our business the meaning of the business is to spread kindness and positivity around sharen Hill students have been very interested in our business and everyone seems to be liking it we have you can get a card by coming to miss so's fifth grade classroom or sitting in front of you we have two plastic bags there one for taking a card and one for returning one because they are reusable we are talking about this because it's made such a big impact on our classroom and we want you to know how much this business has elevated our positivity at cheran Hill the meaning was to make sure everyone was feeling positive and
039confid confident and lifted up you can keep the card on on the desk or or you can leave it thank you you everyone have a great night you thank you very much communicators uh one thing that I would like to share before we have our last group come up is that sense of communication so kids talking to adults can be really scary although you guys are making it look pretty fantastic right now um and I think that one thing that we pride ourselves at Sheridan Hill is that communication where kids feel that they are empowered to bring up an idea or to share a problem and to work with the adult rather than just feel like they're there with the adults looking over them all day all right so the last group that I have
040to come up is going to be my culturally responsive Practice Group so if you would all please come up we had a very special event we know that we have the International Day of sharing that's coming up in the Clarence Community uh but shared and Hill also hosted their uh very first in a long time International night so we do have some Sheridan Hill students here who have either Taken part in that or just that daily culture at Sheridan Hill to speak about hi hi my name is Ellen hakimian and I am from Mrs Bonner's fourth grade class I loved watching the performances that took place at International night I really enjoyed watching the Irish dancing all the performers were very talented I was able to perform a traditional Armenian dance in an athentic dress
041that my grandmother made my name is siah Graham and I am from M keener's third grade class I like the performances as well it was really cool to travel to the different table countries and taste all the traditional food my family hosted table for India we served a smoothie called mangol lassi and little cookies called Shakara when traveling to the different tables I most enjoyed Japan they served little Gummy candies that tasted so sweet my family was so excited to share our heritage of Armenia we loved having our other Armenian friends to come to share about our culture through the food artwork poetry and clubes that we displayed I so I was so excited to take part in the event because I have never had an opportunity to do something like that before plus it
042was learning about the other cultures at children how was fun good evening my name is GI Mica and I'm from Mr Miller's third grade class International night was fun I loved traveling to France because the macarons were tasty but we don't celebrate different cultures just one night a year being on morning announcements was a good opportunity to share with the school my connections with Italy also when you walk into our school you notice Flags in our doorway these are not just for decoration these flags may change each year because they represent the different cultures in our building I was so prepared and then they got me all emotional uh I'm Julie too I'm an English as a new language teacher at Sheridan Hill um my one of my former students is Ellen and we're so
043proud of her because she's a former student which means she's graduated from our services so this is amazing um this means so much to me but I also want to point out that um this uh International night wasn't just my project uh at the end of last year Mrs aroyo set up an international committee which is about 10 faculty members with the mission of spreading and celebrating and learning about the cultural differences of our school and this event was like the Catalyst of all of it um like the girls mentioned we had other things on our uh first year agenda including our mural of the the different flags from that represent all the cultures at our school and our morning announcement with the World Travelers it gives our student population and our faculty uh a
044little Glimpse and an education into all the different cultures of our school but then it also gave our students that leadership role and that um pride in celebrating their culture and sharing it with the rest of the the school uh a little background on our International night um this is my 10th year as a a teacher in Clarence but my first couple years I was a bosis teacher and uh our International nights were run by parents I so badly wanted to be a part of it but I didn't have the courage to get involved just yet so I attended them and I thought that they were just amazing uh after that class of parents and students went through Sheridan hill we didn't have them for a couple of years so this was our first year
045back after so many and our team really looked at what did we want to get out of this what what did we want the families that were participating to to feel and to get out of it and then also what did we want our um our guests uh the people coming to the event to get out of it we knew that we wanted this um circumference or the perimeter of the gymnasium to be covered with tables with families representing their own culture because it wouldn't be right for anybody else to do that except the families um we sent that out to the entire Sheridan Hill population so not just the enl uh demographic of families that might speak another Lang language at home but people that are very Pride uh proud proud of where their
046families come from and want to represent that so we had oh boy 25 maybe tables that were around the perimeter and then we also opened it up for families to see if they wanted to do any kind of performances and we had several performances as well um in the middle of our um of the gymnasium we also had a lot of U activities for the kids to get handson on with um either coloring things or um I know there was some creativity um or with the um the puzzles my goodness the puzzles and the coloring with all these different cultural things so the kids really got to experience it Hands-On the families that had signed up to do tables I gave just a couple of guidelines I said you know something to uh teach the
047other kids as they come around so a lot of people did trifold boards I said it would be great for people to see things from your culture so people bought brought outfits and uh toys and things like that and dolls and then I just you know threw it out there that if somebody wanted to bring some food it wasn't mandatory but every single table brought food and that was obviously the highlight of it um so what was really amazing was we wanted the families to be able to feel that sense of pride in showing off their culture we wanted the kids and the families coming to the event to absorb all of that and I think I had told Dr frame um a couple weeks after the event he and I had been talking and
048I said it was just so important to show the families that were showcasing their cultures that their Community was behind them this event wasn't just about Sheridan Hill but it was about the Clarence Community as a whole and judging by the turnout that we had off of our very first one it's going to keep growing it's going to going to be a bigger event we're going to need to break out of the gymnasium at some point because the pride of the families grew but the community showed up and that was so important and that was the best part of all of this um and so we're just going to keep going up from there thank you Miss too thank you ladies so we really hope thank you for keeping your attention with us that whole

055if you're here with us tonight you're watching from home people have a range of experiences with capital project uh planning with facilities work in schools um some people have a very detailed knowledge maybe some folks are just coming to it for the first time uh there may be some value in terms of thinking about our work with school buildings school facilities a little bit like home ownership uh which much more people are familiar with we we know that when we buy a home that we have an intimate knowledge of how to best take care of it what projects need to be undertaken if it's remodeling a bathroom or kitchen or if it's um taking care of a sidewalk or it's putting a new roof out uh or or painting a home so we typically when
056we we think about home ownership we have a pretty detailed understanding of um things we need to do to protect an investment and things that we need to do uh work that may need to be taken care of over a period of time in some ways it's no different when we think about Capital project planning for schools our school facilities represent a significant investment by our school community and it's this governance team's job to take a look at our different needs and to be thoughtful about how to best protect that investment and make sure sure that our students our faculty and staff um have safe learning spaces when they come to school every day so we're going to talk a little bit about um where we are with regard to facilities work and how we're
057thinking about moving ahead uh in terms of capital project planning for our conversation tonight just to share an agenda very quickly with you um we want to just talk a bit about workto date when it comes to Capital project planning to identify some building and District priorities uh I've invited a couple EXP experts to present uh as a part of this report this evening we have Mr Brian logal the head of our buildings and grounds department and then one of our colleagues from keni Architects uh a partner as we engage in this type of work we'll talk a little bit about financial considerations and a proposed schedule for moving forward in terms of capital Project work here in the district um when we think about Capital project undertakings it's not something that should catch us
058off guard it's also not a topic that we should ignore for long periods of of time we should always be thinking about the needs of our facilities so that we can be uh caring for them as i' mentioned before and and really protecting this investment by our community to ensure that schools do this on a regular basis New York State mandates something called a building condition survey so on a staggered schedule public schools in New York state have to go through what's called a building condition survey process where they work with outside partners and they do a really close inspection of school facilities every 5 years they look at issues involving health safety structural soundness of different buildings they compile the information they give it a rating and they submit the information to New York
059state so New York State isn't taking the chance like a homeowner May sort of let things go they want to make sure that school districts are aware and attentive to building needs that they have in their communities so we are just wrapping up our most recent building condition survey the information I believe is due to new New York state in March so we've submitted that data uh we've been taking a close look at that information as it's been collected with our district team and our partners our Architects our construction management firm we've had multiple meetings with our facilities team this fall and this W uh winter so that we're aware of issues that need to be addressed as we think about moving into the future we've been working with Dr grua and our accounting team
060we know that we need to be able to balance needs of our facilities with uh resources that are available and while this governance team is responsible for caring for facilities they're tasked with doing so in a way um that reflects appropriate stewardship of the community's resources so uh to be able to look at funding and how we can uh we can maximize cost Effectiveness as we move forward um and then to really dig into some more financial information that we'll touch on toward the end uh of our presentation so the work has begun I would just make a basic comment before I turn things over to Mr logal for a little bit more detail there are some school communities where when they start a capital project they'll pull together a defined committee and they'll sort
061of have a dream session where they say if we were going to do work in schools how would we redesign entrances and classrooms and how would we remake learning spaces the capital Project work that we're talking about tonight deals much more with the basics of making sure our facility are safe sound and structurally solid um so what we're going to do this evening is talk about some of the needs of our buildings sort of coming with a disclaimer of this is pretty basic stuff there are a lot of different particular things that Mr logal is going to highlight this evening you will see some themes some themes like masonry work parking lots roofs uh items like that that are basic things for keeping buildings and learning sa uh spaces safe healthy and secure um so
062for a more detailed overview view of work that needs to be done at our six school buildings and our transportation facility uh I'm going to turn things over to Mr logal right thanks Dr frame as he said we did use the beat building condition survey as the basis for creating this scope of work uh these individual buildings are the you know kind of the highlights of things that we can do at this point U Harris Hill one of the items we have on there is the playground the Harris Hill playground has been a I guess a well-known entity or uh playground in the area a lot of people love it it was installed in 1989 and it has exceeded its life expectancy and so it's time to make a plan to uh to replace it
063uh we cannot replace it with anything that's very similar the wood playground structures are gone so the modern structures are what we're going to use U again the masonry and concrete repairs most of our buildings have some issues with their building envelope hail is no different uh as you can see in the pictures there's a few uh items at the front of the building a few Mason repairs around you know the building envelope that we look to address uh our septic and water supplies at Harris Hill the septic system uh we are septic uh is well over 20 years old and in need of attention uh they work but they're definitely need of attention uh the Water Supply at Harris Hill a couple guess key piece of information the 6-in water supply was original from
0641952 uh we actually might be able to downsize this save some money in taxes so one of the little little things we can do to help save some money uh miscellaneous items for all buildings is mostly technology and flooring again you'll hear a theme for Sheridan Hill the buildings are identical so you'll see a lot of the same issues except sheren hill we have put the parking lots at the the top of the list uh the main drop off Loop uh the main bus driveway in and also the uh parking area near the Pavilion all need to be addressed uh also the surface drainage for that Pavilion area area was something we look to address as well uh we don't have a lot of underground structures uh in this District because of the rock formations
065underground so that's something that kind of hinders how we deal with drainage a little different than everybody else but something we we hope to address and fix uh again the septic system at sheren Hill is also the same age about more than 20 years old showing signs of uh of its age so something we we must address at this time again technology and flooring are kind of things we need to do uh sorry I missed one there but the sidewalk the main sidewalk leading back to the the main road something we look to replace as well at Sheridan Clearance Center again masonry stair repairs that's mostly the original 1938 building uh concrete doesn't last forever and it's time to replace some of those structures and the brick uh the elevator replacement elevator was original to
066or I'm sorry it was installed in 1955 that has also reached the ends of its useful life something we actually use almost every day so it's heavily used uh window replacement that's for the 1969 elevator or I'm sorry Library sorry Library uh Edition uh that section is all original single pane aluminum windows uh repairing those is becoming more and more difficult uh and plus the Energy savings will probably help pay for the windows uh we also have some small split system air conditionings systems in that building that have resented Lo useful life uh and of course we have some drainage issues around the yard and again miscellaneous items is technology flooring and doors in that building ledge view ledge view we've done a lot of work over the years so this scope is a little
067smaller but still very similar uh the masonry concrete work U and railing repairs again limited but we have quite a bit in the building we'd like to address to stay on top of things as Dr Fry mentioned so it's an investment to our facilities and if we let a $50 repair go too long it becomes a $500 repair so quicker we address these things the better uh septic and drainage also that building the septic fields are are over well over 20 years old and in need of of an update uh for drainage for ledge view are mostly just our back Backlot area it's we're at surface drainage at LED view as well we have no underground structures so we're looking to shed water away from play areas uh just to help improve our our cleaning
068uh basement storage we actually have a large uh basement storage at ledge view but it's not very accessible it's actually just an access hatch in the floor so we'd like to actually be able to get to that and use it by installing Bal doors in the outside would be a huge Improvement for us storage as you guys know is always an issue we never get any any more storage but we always buy more stuff miscellaneous items same thing technology um doors and flooring middle school middle school parking lot that actually is a legacy item that we're looking to help improve uh as many of you probably have been at the middle school during dismissal time uh we actually have a lot of cars and issues with Park uh Vehicles being in the roadway at this
069missile we're looking to try to address that you know the town uh realizes it's a problem so they've asked us to take a hard look at it we began to review this last last year so we think we have some viable options it is a major reconstruction so it is a big part of the budget Mason repairs at the middle school it's a large building uh so we have ongoing issues with the masonry just showing its age PA system what we did in high school last time was we upgraded the high school system to a digital PA system Middle School we'd like to do the same uh what we think in the future is the state education department will make us have an automated emergency system for automated messages instructions things like that so this
070is kind of getting ahead of the game so that we can deal with that also the middle school we have a freight elevator that was from 1964 it's also showing its age so we either replace it or hopefully we might be able to do some r a to upgrade it to Modern standards the high school itself again front parking lot another Legacy issue uh probably more as our school has grown the high school has become more of a problem maybe because of covid more parents driving dropping off their children but it's another location that worked years ago we need to improve our traffic flow and maybe even hopefully if the New York State Department of Transportation will help us maybe even change the way the traffic light operates uh to allow for longer periods of
071green lights on gunville traffic as you guys probably know at dismissal time it backs up tremendously Mason repairs I think I've told you guys in the past maybe multiple times I could spend a million dollars on Mason rotair at the high school alone we won't spend anywhere near that much but we're going to keep at it uh replacing the stage roof we just finished up our current phase three of our project and we noticed some issues with our structural uh components of that Roofing so it's a gypsum roof prone to damage by even small leaks so we'll look to address that cuz it's not a quick fix requires a capital project sewer line 1998 Edition there our sewer line we noticed problems in the last project as well so we're looking to address those again
072High School is a septic system as well a little bit different than the elementaries but similar our running track we put that in in 19 or in uh 2017 but what we're looking to do here is actually just to recat the track the wearing surface you know the base and the asphalt or intill in good shape so we're looking just to resurface it's it'll be due by the time we get there in 2026 uh univ ventil layers again High School is a big building we have several sections with older 20 years 20 years old and more univent layers that could be replaced for you know modern better more efficient unit up with that and of course select flooring out of that picture right there is actually a snapshot from our old Fitness room uh it
073was damaged before I got here I've been here 10 years and it's really we've never really been able to use it effectively so we'd like to resurface that room so we can use it use it again and of course miscellaneous items again technology fling that theme with the the next slide of course technology is a a big one 2017 you guys were part most of you guys many of you were part of our technology upgrade then 2017 sounds like it's still new but in technology terms it's old so we're looking to upgrade a lot of major components of our technology the production servers are kind of what do our heavy lifting running programs uh all our storage things of that nature the vdi which is I got to read this virtual desktop infrastructure uh it's
074actually we don't install desktop desktop equipment anymore it's all virtual the students teachers staff they're actually you know virtual machines so what they're looking at is actually hosted on servers and this is what drives most of our daily use access points we have a very robust wi-fi system since everything's Wireless so we have over 4 60 Wi-Fi devices throughout the district and those again have to be upgraded and updated mostly for capacity and security so even though we put them in just a few years ago they need to be replaced soon of course districtwide I think during our last extended power outage one thing we noticed was we were kind of lacking in certain areas for emergency lighting uh emergency lighting obviously powered by generators during power outages uh a few buildings definitely need some
075attention so we'll we'll look to address those needs in this Capital project and for signage a couple things we're looking at for signage one is the main building or main building signs some of you may not even know we have main building signs probably drive right by I'm not even noticed we're also looking at possibly actual building signs itself you know signs building a hair sill fortunately we don't have much on the building at all to identify it so we're looking to address those possibly upgrade thank you logo you know i' mentioned before home ownership and if anybody is listening to the presentation or uh thinking about the presentation and say geez you know Brian was able to zip through that in 10 or 15 minutes doesn't seem like all that much work couldn't we
076skip a cycle uh if you're a member of our facilities committee you know that the BCS list is 10 times uh as long as what's been presented this evening so as our team had looked top to bottom at our different facilities needs it's a much longer a much more robust list of items that need to be addressed what we've tried to do is narrow things down so that there's a list of items that are Urgent in nature uh that align with the resources we think that we have have available um to move forward um so at this at this particular point in time what we've tried to do is take the master list of items that were identified in the BCS to try to identify the items that are most urgent in nature and then
077to think a little bit about and work with our finance team on the resources that we're going to have available or we think that we'll have available um again if people aren't all that familiar with a capital project there are different ways in New York state to fund it um from the start our governance team has talked about the importance of moving forward with capital work in a way that's uh tax neutral cost neutral so that residents would not experience an increase in their taxes and so there are a couple different ways to do this one is that when we think about paying for a capital project um districts do it uh from a couple different areas one is from local revenue and the second is from funds from New York state so what you'll
078see on this slide is a note about uh roughly the percentage of funds we received from New York state in the form of building Aid I say roughly because there are some things that are aidable some things that are not aidable but if we were going to spend for example $100 on a capital Improvement item about 2third of that cost would be reimbursed to the district or would be covered by New York state so if somebody says well if you've got to replace a boiler anyway just wait till it goes get is much use out of it and then uh get a new boiler the problem is if it's not part of a capital project where you're going to receive Aid on it you'd be responsible for 100% of that expense so what we want
079to do is be looking at items that we think are going to need to tail uh attention putting them in a capital project and making sure that we can maximize the state aid that would come back to the district so we want to uh bring the cost to our local community down as low as we possibly can and we want to leverage uh building aid from New York State as much as possible when we think about a contribution from our local school Community if you're a member last May the governance team asked the community to approve a capital reserve which they did uh which is something that you would see in most school districts in New York state the approval of a capital reserve says that a school can start a savings account for future
080Capital work and so we established that last spring uh this board has acted to deposit funds into that capital reserve and we we hope to be able to fund it to a level where it may be able to offset uh parts of the capital project expenditures um and then the other thing that we would do is we want to have a detailed awareness of where our debt service payments are for previous capital projects so um just like with home ownership people may pay for a roof over a series of years in public schools when we move forward with capital projects often times there is a certain number of years where a project is paid off of so we want to look at our different Debt Service payments and if we can align them properly and
081properly and think strategically about them we can combine these different factors and do it in a way where there's no tax increase to the community so where are we in terms of uh the planning for a proposed Capital project and how do we recommend moving forward right now we've done a really deep look a detailed look at our different facilities needs we've tried to do a preliminary organization of what we think needs to be addressed we would love to have public feedback on the different items that we would recommend putting in a capital project what's a little bit tricky about this plan is that it's not talking conceptually about learning spaces or athletic spaces or musical spaces it's really talking about the guts of a building and the infrastructure of a building that many people
082have a detailed understanding about a lot of folks just don't know that much about what may go into masonry work or what may go into some of the tech infrastructure that we would have in our buildings so what we're recommending our facilities committee is recommending are a couple different Community engagement sessions one would be on March 20th from 6:00 to 7: in the evening the second would be on April 18th from 6:00 to 7: in the evening both would be in the high school lecture hall the first one would focus a little bit more uh on the information that you're hearing tonight although doing a a bit of a deeper dive and then the second Forum would focus more in terms of input so the first session is sort of learning as much as people
083can about our facili needs the second session is saying we want to open it up to Residents so that they can provide uh input on different Capital project items before putting together something that would go out to the community um so what we were would recommend doing is holding these different engagement sessions um if we can get to a point where we have what we think is an appropriate uh scope of work for the resources that we have available we would go through steps that are involved with different testing and different um governmental uh agencies that would be applicable in this area we would finalize budget pricing uh and scope uh just as a general number $20 million is um probably the the the ceiling for us when we think about Capital worker close to
084that maximum amount that we could be thinking about with a capital project if we're able to move through through those areas we'd go through the secret process and resolution in early fall that has to do with some of the environmental testing that's involved with capital Project work we would hold a public Hearing in November and we would recommend moving forward with a vote in December so that's a very sort of General overview of what next steps would be so as we think about moving into the spring it's identifying and finalizing a scope of work it's moving through some of the requirements uh over the summer and into the fall that come with capital project Endeavors it would be communicating that uh to residents of Clarence in the early midall holding a public Hearing in November
085and then setting up a special vote for a capital project in December so we know that's a lot of information tonight like to thank our facilities team for all the work that they have put into getting us to this point um and we'll open it up for questions from members of our governance team I'll take a swing at it Brian or Scott can take a swing at uh them as well so the building conditions survey that you turn into the state that's has to be done every 5 years and Cor really a starting point and then you narrow it down yeah yeah and part of part of it will be looking at things like Photo photographs different documents U but there also are questionnaires and talking with people who live in the spaces every day
086so some of the stuff you can get a sense of it's the life it may have uh left just by looking at it so for example just driving in the Sheridan Hill parking lot this morning it's pretty obvious that it needs a lot of work um so some of the stuff you can tell like that the other part is we want to talk with people who live in the spaces every day and use the spaces every day so uh I forget Dr frame it was yourself or or Brian who mentioned it but in the building condition survey there is significantly more items than are likely falling into this 20ish million doll number yeah can you dimensionalize you know is it a third of the list or is it is it too difficult to answer because
087of the budget we're we're really just Serv I I know we we're we obviously have to prioritize things I know we can't do everything I'm just wondering you know um that next level of critic critical projects I mean are we talking that there's another layer of another couple million dollars that are really wishlist items if we can get pricing down or what have you or we could find a little bit additional Revenue so they just in terms of some of the side conversation here and we're sort of playing with really General numbers and depending on when you would bid for work and when you would move forward obviously costes will costs will change some of the just side conversations here was maybe a quarter uh we start to get into areas that are more and
088more subjective so the information we've shared today is pretty objective in terms of these are items that don't have a tremendous amount of usable life left they're they are in the Urgent category and need to be addressed as we start start to broaden that uh look at the BCS we start to get into to more things that have a longer life left some things where people may have stronger preferences one way or the other we're not talking about how however with the BCS just preferred learning spaces or expanding athletic facilities to something that's state-ofthe-art we're really talking about basic facility maintenance and upkeep of our uh seven different buildings when we think about our our transportation facility and assuming we're fortunate the uh it it's approved then it would go to the state and when
089might the project begin when parts of the project begin great question so you've just um asked something that we would go over in more detail when we hold the public sessions so we would go beyond the different scope items that we talked about tonight we would do a more detailed timeline look so sort of conceptually and here's where I will turn it over to Brian and Scott just to talk about what the the look ahead would be but let's say we go through this whole recommended process we have a successful vote in December then we have to do a more specific uh more specific planning with some of the things that have been talked about we would do enough planning where we're we're pretty we're pretty certain that the items we're talking about align with
090the cost we would put it up for Community vote there are more detailed drawings and planning that has to work it would have to be approved by New York State you'd have to bid the work so every now and again a project is proposed and people think that or someone might think that are in the ground the next day when you go through those different steps the amount of time between a positive vote and when there's a shovel in the ground maybe two years maybe a full year and then we would look at uh what period of time this work would have to occur over so that's why when we think about Capital work it's not saying let's start the conversation now so that we can tackle it in July and August it's saying let's
091start the conversation now because we know that a couple years down the road that's when the work with start and the work would finish uh we also know that when it comes to Construction in schools just like in a lot of other areas it's really dynamic in terms of when we bid work if the costs are coming in high the costs are coming in low something regionally that schools are experiencing is the work at himark has pulled a tremendous amount of Labor out of Western New York that is not having a positive impact on school construction and so those are all factors that we want to be aware of it doesn't change our timeline but they are different different components that we want to be thinking about as we move forward yeah I I was
092just in a conversation with other school districts about their capital projects and how no one's bidding on their projects because of the stadium so you think because ours is a little bit later that won't affect us or do you think it'll still at this point we don't know when the St going truly be done so we're because from like where they got their original bids some of the issues are the the cost has gone up so much and then the other problem is no not one person is bidding on Hamburg or Frontier projects out that way they can't even get someone to bid on them yeah it's a big project yeah so there are you know whenever you go into a capital project planning there are a number of things that you can and can't
093control so what we can control are figuring out what our needs are what the timeline can be the resource that we that we have available and then there will be those Market forces that we don't control so you talk to people who have been involved in capital project and there may be areas of supply chain um supply chain functionality around the globe there may be shortages in steel there may be Labor uh there may be labor issues in in a particular region so those are all factors that can uh impact us we also as we move forward we would we need to be nimble to a certain degree so we would have an identified scope of work we'd have to have the appropriate resources set aside and the ability to go back and make changes
094based on uh where we are with regard to the market and where we are with regard to pricing yeah and I just wanted to being on the facilities committee I'm going to take a step at answering Mike's question and Mike we can always use more money and there were things that we couldn't agree to do because we're trying to stay at the $20 million Mark um but also I did want to make a point that I didn't see on the presentation and I know that um Mr reri really wants the new phone system or has to have the new phone system to go with the new technology so I just want to make make sure that's on our radar and get that in okay great thank you yeah and this this again uh as we

096starting right off um on Monday February 22nd uh at the Clarence Courthouse the high school's mock trial team led by business teacher Mr denl Antonio uh and coached by expert attorneys Justin Claus and Mitchell Snider um defeated Williamsville East during their first preliminary round with Lillian post Emily kiss and Alice at Korn as prosecutors prosecution witnesses included Ethan peroli Alyssa Carlson and Norris Wii and the town of Clarence judge Jonathan Hickory presided over the trial students at at Harris Hill worked with uh the high schools art Partners to create uh colorful Garden scenes last week Mrs Mrs Rice Geiser who leads the club uh noted that the combined project came out of asking students for new ideas and sharing their love of art with the community this this completed piece will be displayed at the
097elementary school uh and will also be presented during the district art show on May 21st at Clarence High students in the high school's Project Lead the Way engineering academy uh took their boats made from cardboard for a test run in the high school pool uh just before we adjourned for uh midwinter break um the competition will take place in April so make sure you stay tuned for the results but this is definitely a highlight uh for a lot of students who uh take the pltw pathway uh the uh the uh Clarence High's mixed treble and Corral chuses took the stage at ub's slee Hall as they performed in the 58th annual sacred sacred Coral concert on Thursday February 13th um and as the first day of of spring Sports is quickly coming up uh and
098teams are gear are gearing up for tryouts like the girls 7x7 flag football team who had a preseason practice today uh the winter season is definitely coming to a close uh Clarence students found great success from this weekend alone highlights included uh junior gymnast Olivia Chapman who competed individually and on the section six team uh individually she placed second in the entire State um and as a team section six scored first place with a record breaking all-time high score of 188.50 uh and the competition was also held at Clarence High School which was really really neat to see uh the cheer team competed in States at Binghampton College uh and place second in the state this is their third state run in a row but their first time on the on the leaderboard uh swimmer
099Kyle preset and trackx Noah Holden that personal personal records at recent State winter championships and finally the girls varsity basketball team uh competed very well yesterday at Buffalo State uh college but unfortunately fell short uh but they did earn the title of section six Runner op nearly 500 million women across the world do do not have access to uh to to menstrual products and hygiene facilities to to so to to combat this the high school's empowerment the high school's empowerment Club in conjunction with the National Honor Society is running a a month-long period project in honor of women's history month and the drive is set to end on March 22nd as you heard from Mr priori uh and maybe this morning at Sheran Hill uh students at Sheran Hill showcase their their talents at Sheran
100Hills Got Talent uh last week Thursday act range from from comedic magicians to dancers and to singers uh the event was was held in the school's gym and was supported using the CF crant uh which purchased a large Bluetooth speaker sound system I did forget to add uh but on February 8th and and 9th 20 students went head-to-head uh at Clarance Center's geography B it started as the national GE geography be in the late 90s but paused due to covid uh and Clarance Center decided to run their own this year uh Clarence Center went through many rounds of tie Breakers to get to the final round round and again many T tiebreakers to get to the to the final two uh in fact one of the contestants actually asked Mrs Mrs Le if they could
101just do rock paper rock paper scissors to complete the event uh they partnered with local businesses to provide prizes for the competition and the winner was Kevin uh puel and runner up was Violet Norris uh I won't go through them but uh we we've also had a host of students who have recently committed so congratulations to them uh and with that very short report I thank you for your time and we turn it over to any questions just one item Lewis that you hadn't mentioned but hopefully you will the second meeting in March is um we're lucky to have our elected officials spend some time with us this Thursday we have Senator Gallivan who will be spending close to an hour at our middle school on Thursday you're coming as well bring your license we're

104which is our approval for the internal audit this audit was reviewed by the finance committee um the focus this year was on federal grants and funds um it did not get included in the packet however in a separate email you'll see the corrective action plan which is F4 so I'm hoping for approval of the corrective action plans for the internal audit um the findings generally focused around the area of following the federal purchasing procedures um in the past people we've been allowed to make some purchases prior to the approval from this from the federal from the state for the federal funds um because the federal funds are so often approved later in the year that had always been acceptable that had changed this year so um we've met with all of the grant managers to
