good evening thanks for coming to the meeting on October 11th I'd like to call the meeting at 6m please join Mrs rsey have aoll Mrs Giller excuse ja here Snider here M gendin here heris here Jose here this is Carrie here and I'd like to turn it over superintendent o thank you good evening everyone so we tonight we have an update on the capital project we have our friends from CSR internal construction with us um we've been spending so much time together over the past few months that we now know their favorite food favorite first they ever I'm gonna turn over hi everybody H good evening um so give a give a a brief update today I'll try to re brief anyway we did a similar presentation last week to theil committee everybody just where
we currently stand okay um so just to kind of kind of quick step back as to what our process has been um uh recently so pre referendum was really a a a planning and a scoping and a budgeting process right where we kind of identify work that we wanted to get done um to to a kind of initial step so we can get get budgeting done and then when we get into post post referendum we really get into detail design um construction documentation so we could get and then we could go to bid and and real real life uh so in this process we we've been meeting with Administration you know as needed each each um each building um we meet at least bi-weekly um an oacm Group which is the administration uh our CSR
and Turner um and then we had a couple facility committee meetings throughout the last year to kind of give them an update as as to where we're where we are in process so the current status um as you recall we bid this project in multiple phases so um phase one which was uh roof replacement at laning the playground at Harmony Hill and the elevators is is pretty much um underway or or complete replacement at l g with that roof over summer both of the playgrounds of Harmony Hill and V are done we had a r cutting last week and the kids are now now using those those playgrounds um the elevator again we're going to do that work next summer uh these are the elevators at hary Hill and V mainly because of Le time
materials so we're currently um reviewing the Construction contract with the vendor so then we can get that executed and go to purchase order for that material so intention is to get that ordered so we can get get that get that going next summer so that's Phase One have a couple of pictures this is the van sky playground on the right might be hard to see but that's the the old uh condition a lot of the issues were in the the rust and deterioration of the platforms and the uh and the bolts um here's a new configuration here with the new stru main structure in the back uh swing sets and some other uh you know equipment around the site so that's that fans back once it's completed and same for Harmony Hill uh similar uh
main climbing structure again the the previous condition again the plastic stuff looks nice but again everything that's metal you can see all the platforms and steps were all deteriorated and couldn't be couldn't be repaired and again we have the main structure with the series of swings the other side of the playground so that's some some completed work um so phase two uh we're at SCD so SCD is the uh State education department they issue our building permits um up there there's kind of a a pre party review uh there's architectural Department engineering and Associate project manager so all three of them Rie the project the vi us comments back and then and then we'll issue our building per once they're satisfi so um we actually got comments back this afternoon from architectural engineering now we
address those comments by addendum um and then once they approve it then the fiscal associate will so um on that approval which will probably take a month or so to get through um we'll look to bid that work so that's phase two so we bid that this fall to start instruction in the spring and go through the summer of 202 right now the intention really is that by the end of the summer the heavy construction work it's done but usually punch list clo out things like that will extend into the fall 2025 so um it's kind of a AR for completion but see how that goes but usually usually we're still doing some punchless work the ball um we do have some specialty items uh up at the track uh facility and these are things
that we can procure through a Cooperative purchase or state contract so we've been meeting with with those vendors um to try and get pricing established for that work once we have SD approval we can go that route if we if we so choose so the uh they're kind of the the items that we want to do that with we're working with your with your legal counsel to to make sure that that that all all the contracts place in records all the legal restrictions that we have done so so that's on the way right now um budget uh Jer has done several estimates uh the last one was based upon ourd submission so when that was made in August I think it was um they took that last set and fil estimate of that of the
construction costs um with work that was shown there so um this is hard to see but you all have a print out of what we have here so that estimate we were over bu right so have a fixed amount of money that set on the project so we started our process of evaluating um what the desire SC was what we they have to reduce or or to get to a a budgeted estimated amount that is on budget the goal here is to go to bid with work that we know we can afford provided it comes in uh in accordance with the numbers that Turner has has generated so this document um shows know green red and yellow columns the green all the way on the left those are that's everything that was included in the
estimate uh that Turner completed so everything in the left was in the estimate and is in the project currently the stuff that's in the red column um we tried to identify some things that we either want to defer that soap so basically take it out it's right not shown in the green column um or we identifi some things that we Chang so if we Chang something from what we had anticipated we we indicated that in the red column and then yellow column all the way on the right kind of identifies things that we would want to uh potentially include in the bid documents as alternate so there there's two reasons U for alternates one uh even if everything was in the green column and we were on budget with what with Turner's estimate we would
still identify alternates and that's just to give us some flexibility on bidday that if by chance the numbers were a little off and be coming higher um you could still Award right so we identify alternates to kind of give us more of a um a window of of of contracts we can afford and the second reason for doing alternates would be to hope we put something back in that we pushed into the red in order to get our budget down so there are things in the red that we might identify an alternate the El to say on midday if our numbers are favorable we can put that back in the project and really what that does is avoid you have the re you know if we have PL so on midday we're standing there with
with an extra pot of money we have some scope we could bring in rather than have to Reid stuff to get scope so what do we do now un you want to do otherwise I'm just going to go through the red and yellow columns so we can discuss what we pushed out or or so um ABR Lancing the first uh the red first um the fire alarm system upon more detailed design of that system there are some components we can reuse so it's not a complete replacement more an upgrade of the system so we're showing that we're showing that in the red column because we saw some savings from that scope change um the next one is the big one the cafeteria right the expansion of the cafeteria um we show showing that in the
red budgetarily it was substantially higher than we had anticipated but the scope of work and I'll show a drawing in a little bit the scope of work has has grown um pretty much from wealthy for anticipating pre- referendum and at the end of the day the design that we came up with in order to uh to meet meet those needs for the kitchen component really didn't address the needs of the cafeteria so the initial the initial goal here was trying to get more seating in the cafeteria and we were going to move the serving line in order to do that um the the serving line scope Now is really a full cooking kitchen which took substantially more space so we're really not gaining the seaing addition to that reor and I'll show you the plan
you and I think you'll you understand um what that means um the case work there is some casework at that's kind of Cabinetry countertops things of that nature there is some casework there that that is starting to deteriorate um but we were kind of looking at it as a holistic approach on at the pre-referendum we really don't need to do that that magnitude of of replacement so at this point we we took it all out and hope to pick it up peace meal going forward um the nurses weet so the expansion their weet that scope is still in there but what we've done is we're showing that in the red because Jim and his forces took on a large component of the general construction piece of that so the work has actually already started so
we've deleted that out of our project um they did they addressed it so we just have to do the mechanical system work there's a there's a cost savings related to that um so moving over to the the yellow column all the way act to the top the exterior painting the building we currently show that in the green it's in the number the whole building but that's that's a good option for an alternate right because a portion of the building really needs some repair and we're showing that currently as a base bid but a large portion of the building it could stand to be repainted but it's really not in bad condition so we're showing that as an alternate so that would be an example of if we have the money midday let's paint the whole
building if not let's do the work um and then the next one was the library carpet um and painting on the space that one we have noted is not prere scope because we didn't have a budget for that um pre-referendum but you'll see we're carrying it the green so we have it but again another easy alternative um for us to identify and for biders the price so that's Lance so Haring Hill um majority of the scope stays the only thing we're looking at in the red cone is the scope of work associated with renovating the two locker rooms into um resource rooms and um you know when we started this process we cut that back substantially and as we've been re-evaluating our numbers and refining the numbers we've been putting that soope back in so
I'll show you that really what we're what we're talking about now is reducing what happens within the store the gym storage room itself meaning initially we were going to gut that completely WE wall this wall the wall tile that's because those used to be showers we're going to remove all the wall tile and rebuild that completely new as a new storage room with ceiling and um we backed off that so the wall TI is going to stay there put the ceiling out new lights but we don't really need a hard ceiling in a in a gym storage room so we backed that out we did see some savings um but but not not a whale changed and Skye um again everything is still in there except for the the fire alone and again that was
a reduction from a complete replacement to a upgrade of the control panel you to reuse bunch of the wiring um so again it's it's turned into more of an up as opposed to replacement Middle School um gymnasium bleachers uh there are currently no bleachers in the gym they've already been so um again that was an item that we moved into the red could be put back in but we don't know necessarily know that there's a need for bleachers here um so those are those are cols um cafeteria kind a similar situation um you know that that happened over at at Lance so we've taken the cafeteria scope out one thing that we as we got into the design um we took the faculty room and the um the copy room of storage room adjacent to
the cafeteria we had to find new homes for those spaces so the scope has grown a bit again into a complete cooking kitchen but we've also taken um a classroom down the hall which we converting into a faculty room and we were subdividing the technology Suite to create to recreate the U the storage room so our fope is our our physical area that we're renovating has grown um as well so I'll show you that in a drawing as well um renovation of the former business office um that's up on the on the Upper Floor it's currently um it used to be the business was kind of set up now as a as a classroom in some smaller spaces um we didn't carry that pre referendum when we were trying to save money even before we
voted that scope of work wasn't included in the in the project but really it's something that that we wanted to try and do so we did we did have that now we take that back out um public bathrooms again initially when we were working through the pre process we wanted to gut renovate the bathrooms in this building through that process of trying to reduce that so we got down to really let's just do some finishes in there as we took that a little further we were just going to do the floors um the thought now is you know maybe maybe we don't do the floors in all six of the bathrooms but we try to focus on renovating you know a couple of the bathrooms completely so right now in the green we don't have
any bathroom work um but in the yellow we're showing potentially renovating a couple bathroom as opposed to just the um and I skipped one in the in the yellow we have um Replacements and Corridor windows at the end of the end of the hallways there are windows currently but they're fixed windows they don't open and there's complaints about um lack of ventilation in the corridors so we didn't have replacing those windows um in pre-referendum but we added those in so they're in the green replacing those windows but again those are those are easy alternate that we can identify for a contractor you know to say how much those would back C us if we need to at the end of the day high school um again most of the stuff here remains uh same same
comments on the U oh no sorry it's not that's so there's a couple panels in the building that are in in classrooms they're electric panels and there's no there's no um they can be there but we prefer them not to be there so one of our scopes at work was to try and move those out um one of them is in the science room renovation area so we have that one accounted for uh there's one more that we don't currently have accounted for but it's a lot little panel so been really it's it's safe but we would prefer to not have thatment so this at this point we that out um and then we have the concrete PS at the classroom unit ventilator so unit ventilators a mechanical unit that provides Heat and the ventilation
for the for the classrooms um they're located pretty close to the ground and uh there's a recommendation that outside of those units there' be no grass right so um just kind of um reduces or limits the amount of you're out there wither so you don't get grass things and stuff buing up your filters quickly so um so we took goes out as well because that's something that doesn't have to be concrete what we were showing as a concrete pad for to each unit ventilator doesn't have to be concrete could be Stone and something that District staff could do over time as well rather than pay ralu for contract so so those have have been taken out as well um moving into the yellow column on Ice SCH we have a bit alternate under uh site
part two that is the baseball and softball improvements so in the course of the design we discuss adding irrigation to the in field of the baseball field so that area is getting saw in the project so the infield is getting reconstructed um and makes good sense at this point going to be tearing that up put small irrigation system in there it'll help that initial installation of grass um grp right easier to to irrigate that um and in the long term it would be a good a good item to have in there so we did not have that pre W um again that would be a good easy bit alternate to say that's the irrigation there [Music] um next one uh o so that's a sence from renovation so we have the renovation of all seven
Labs basically got Renovations in the project um but there was a a discussion about adding cooling out to those rooms as well since we're renovating them so again that's something that we don't there's no mandate to have cooling there so it's another one that if we want to pursue that in the future these are up on the Upper Floor um we can bid that as an alternate as well so we know what the bus is if we can afford it we can we can keep that in um and the last one there is the the science Corridor so again in in discussions we're going to be renovating that whole science Wing the corridor has some unused Lockers in it it's a little dark um the thought was could we Renova that Corridor to ceilings lights
remove the lockers um paint the walls so again pre referendum we didn't have budget for that so we're including that potentially as an alter so we do now just look at the kind of backtrack a little bit to show you show you some of graphically some of the things I was talking about so this is Lancing So currently we show painting the whole building uh this area of the building here the red and the yellow portions of the building that's ephis it's it's a kind of like a foam insulating system there is some damage along the back wall here and around the corner and I think there's some on the front um to that ephus system so the base bid would be fixing anything in the eus system and repainting it the rest of the
building is is concrete right it's hard um and that is really just a it needs pain there's no there's no real damage like you have over here um so the add alternate would be painting rest it's a little hard to see um this is this shows the nurse's renovation just kind of showing that this is the area that we're we're renovating this right here is the wall um that the district was able to to build and these sink Cabinetry cabinets here those are the casework that we were initially showing to replace what we took out think I have another one uh this shows the existing um the existing cafeteria and initially the plan was you can almost see graphically to take this block of serving and move it over here so we were expanding the
cafeteria into this room and kind of taking that block and sticking it there um so that would have given us more of a rectangular seating area so we definitely would have would have picked up some some seating there and we started on that approach um and put the kitchen over here and then expanding it to to create a full cooking kitchen in there so it started to grow this way up into the cafeteria um then there were issu about refrigeration and freezer conditions was one of the big ones and how are we going to accommodate that um rather than bring everything every day into the freezer um so the solution turned into this so it's a different scale so it's bigger but rather than put the kitchen here we ended up with the kitchen um
here in the corner basically where it is now but it's grown right so right now the serving line is in here so now it's more than double to go out into the into the cafeteria and we've added a walk-in um dry storage refrigeration and freezing unit so so things like that we didn't we didn't anticipate for referendum we didn't have we didn't have budget for that and at the end of the day um you currently have about 110 seats this gets us about 100 30 um but we still kind of have a little bit of a blind stop here right the the cafeteria is L-shaped um so this was this was where we got to in the design um but right now I can say that we took this out because we don't think that
this is achieving long term what you want to do and when you start thinking about spending this money an addition up here might be a better solution put a kitchen Vision on and keep this whole thing SE that would achieve a lot more You' be building more space um but you get you accommodate the seating seating gos this is um middle school so again PR referendum area wise we were looking at all these areas and that's the square footage that we carried when we talking about is that we're renovating um and we we indeed took that stuff um over in the in the solution but we also have a wall shown here to create technology and the recreate the work their story so that entails some renovations to the technology suite and we currently also
show um creating a glass wall and door between the two technology rooms and taking over this space to create the fa so the fa which is currently right here over there so now we have to put it the sink pling do things like that in that space many this one's a little harder to show to show graphically but um originally like I said you have locker rooms um the Corrido bathrooms and then behind that you have the shower the shower facilities on both sides so this scope showed basically taking out everything in the in the in the shower area infilling one of the doors into the gym creating a double door from the gym into this gym storage room um relocating the doors from here to be on the corridor so now to get into
this resource room you wouldn't go into the this little vest of you to get into the bathroom you'd come in off the corridor um this also showed some case some Cabinetry and some some storage units um there's currently a skylight in here what not shown here but we were putting adding a skylight down to this side so they'd be the same um and again not not shown here but we are repairing all the walls and putting in the ceiling and the lighting so the Revis still in plan it's come back to being almost the same of school we did leave this one door here but we are going to put in the double doors uh for the storage uh we are relocating these Corridor doors so you can still get into the resource directly off
the corridor um we've taken out the the Skylight um the stored room here we're just going to basically repair the walls where where the demo happen um we'll paint the walls in the floor and we'll put in new lighting um but but we've taken the ceiling out but for all intensive purposes the two resource room will remain as as anticipated so that's the capital Pro status I'll just pause here if anybody have any questions or need more information I have a lot of thoughts right now but they're going to be directed internally and not to you okay that's fine um the other projects we have G um so we did the 2022 Capital um that was the laning front front walkways and handrails that stuff is is complete the 2023 Capital alley which was um
you know voted on in May for a a BL atorium Improvement we are just starting the process of actually figuring out what that is so we're working with vendors to to identify that that sort of work that we can get that we can get done there um smart schools was basically a public address system upgrades in all the buildings um that was a scope of work that initially we're trying to put into the capital project but we're going to use remaining smart schools funds uh to do that as said so we had some meetings with some vendors and looked at a couple visitations actually one one visitation too to look at a similar system how it was improved without again doing a full a full replacement so we're working through that scoping right now so
we can get updated budgets so then we can update the the smart schools plan um you know in the beginning part of the year so we can move that forward with s so so right now you have an identified smart smart schools plan and expenses we've got to update that to account for account for this and the amendment would be at a uh budget meeting as a hearing for the for the smart schools update so before we move on to We Believe in a positive School climate enure um all right so I apologize for the timing of this this is the first time I've seen this granular of mentioning loss estimates so now that I have that I'm going to ask some very pointed questions about how we feel about the track 20% of the
entire project cost um you know what alternatives have we considered in regards to the track what was the condition from the last BCS you know what year was it built it seems like our last Capital project was very high school heavy and then this one once again 66% of the money is going towards High School um so I'm going to need a little bit of of of help here but in starting with the track one thing we looked at was the useful life of the track and Jim or Greg if you wanted to start there and we'll go from there um I would just say that a lot of these costs associated with this are not a placeing kind but it's a it's an upgrade right so a six Lane track now we're going to
the track so let's start with what year is it built and what was the condition for the BS I honestly don't know that until I'll have to look it up it's pass it's useful I had craft come in and do a repair on um basically the grass has grown underneath the track and I was a question can we Edge this and recommendations don't because you're going to lose your first Lane if you cut that that grass is the only thing P the first Lane down at this point I don't have I want to sayain years or what okay so that's within the I was going to say 25 years is probably about right for yeah yeah and we we have that information I just I just don't know so in having those initials discussions about
that it was because we have to replace the track at six Lanes um not something that if we were going to um host started the goal was to be able to host a sectional Track event I'll be honest I you that is you know if I'm looking at must could you know it's it's not a must it's a nice have but I don't know that if I look at our district mission and goals that that's going to work its way up to the top so in the planning stages though that was the discussion but if we're replacing a six Lane track and doing all this work then let's put it to be an Lane track um for both that and Co relays and I did um you know our our track program I spoke with
Jeff um there's 33 boys 20 girls currently they've been moving middle school students up um and then he's potentially because of the interest looking towards modified the future so it is a is a as a program The Outdoor that he felt would be growing too so we looked at some of some of that as well but your your point is taken in terms of some of the reductions made see a lot of reductions made all over the place and then we don't even have a cost difference between a six and an eight concerns me so cost difference between the six Lane check and me I ask do um hosting sectional um bring in revenue for the school I'm not I'm not certain of that that's Mr H he'll be here two weeks from now but
I do believe in terms of um you know the uh Refreshments Etc tickets but I'm really not sure what the how much revenue that would be well and I also think in the whole aspect of what was given to the voters on voting for this project what was given to what was shown to them a what did they vote on not a lot of specific I think that a Turf and an aping uh track was presented to the voters with lights oh don't get me I'm not I am not in any way talking about no I don't know I'm not that's completely justifiable both from the district and community resource right but what you present to the voters and what they vote on and then which was one of my main questions is how much
of the two cafeterias were presented to the voters so um in in terms of that and I thought that after you know we we did this we would have some conversations about communication and communication plans plans out going forward so in the in the preff communication it was expand cafeteria seating there was no um discussion pre-referendum about the um kitchens for uh hot meals to be served at the other buildings um in later it was that came later as part of the scope when we were sitting down actually looking and having those conversations that we expand this seating you know that we also want to make sure that we're able to have fully functioning kitchens we tried you can see the pictures we tried to do um both and weren't weren't happy with a the
seating that was picked up and the arrangements so then as we started talking about what to remove on the conversation went around well it does mean we would have to potentially wait right we have to wait if we remove that but in the long run we could get both expanded seating and a fully functioning kitchen if we looked at it down the road in a different manner so that was part of the the thread of of the discussion and then at the middle school too some of the thread was um there was a lot that had to be done to get to the kitchen and a lot of added added cost and still not happy and I and I think Stacy how many designs for the kitchen did we look at several several back to
the drawing door so so that was one of the um rationals too for you know starting with the cafeteras have you gone back to I because coming late into the game actually um have you given any thought to just doing to the Abram lansing's cafeteria what you originally were going to do I mean is that I I understand that you think obviously having a full functioning kitchen and stuff like that but the original plan was just to move that from one spot to another and the space would be increased and from what I hear from the principal it would be a lot easier to see all the children in the cafeteria have you thought of keeping that instead of just stitch in the whole thing we no I think kind of wants to directly change
into us to a a full functioning kitchen then no we hadn't got back to that to that point and I I think my my comment would be if we were going to go that rout then um we haven't looked at it but I would probably look at it if we just took that room I mentioned not move the suring just what we got do exactly so I think that should be a discussion since that was the original scope and then it got expanded into doing a possible functioning kitchen and everything like that and then the cost we're going up and up and up but I mean honestly the original thing was to expand the seating in the cafeteria and to make it more conducive for the children to be seen and not around the corner
as the principal says so that's worth looking at and SP and putting that back in so we we can have the discussions as to what that what that would take I know in the discussions with the principal to the idea of the was attractive for the long run right and what we also want to make sure um you know because for example if we went with this whole functioning kitchen then there would be no moving that around after so that's something we'd have to take into into place too if we for the future I'm just saying that instead of that would would be a nice compromise so that the original scope was to increase the seating arrangements and to make it more conducive to the principal then it went into the fully functioning so without
just scrapping the whole plan if you could just make it in the meantime because when would the function and kitchen be done and would this move though the temporary move if the plan is to go to a fully functioning would this temporary move be taking a large chunk of money to do exactly that's what getting scuttled is we were going to spend a lot of money and not get to where we wanted to be not get to where we wanted and I mean this did go the the principles were involved in the conversations both before the committee meetings and during and during the committee meetings too as well um I do know Stacey if I if I M speak tell me that um part of the issue i' a my daning are the cafeteria tables
and their layout to begin with so uh they are these long bulky and so there have been discussions about um tables regardless of what happens to make them more conducive I think you heard C say he had trouble getting in between the rows so that's and discuss that's not part of part of the project but that is a need either way and so that is something um you know we're we're continuing my only point is that if if the original point of the plan for the the kitchen or the cafeteria was just to move that and then you expanded into a fully functioning you should still be showing the difference of the cost or how much from the original plan is taken out of the project as opposed to because that was presented to the
to the voters I mean so I pulled up the full pre-referendum list and I would argue about 20% of it is current the table which is unfortunately the way that most of the projects progress as we get real world numbers versus exactly but I think be honest I very much was supportive of an a lane track before I got this number now that I have this number I'm really questioning 20% of our budget going there but what what's the difference in I don't know we have to replace that exact question right we can get that so you want us to look at different and the cost between the fully functioning kitchen that we got to and if we just looked at expanded seating is what I'm hearing as well yes because I think the voters
voted for this school budget would like to know the costs of what is being taken out from the original plans not from the expanded plans hey no I have two questions um both that revolve around bleachers which seems kind of silly but um um bleacher replacement in the Middle School not having bleachers doesn't um preclude us from hosting modified games there correct believe we moved everything to the high school modified I mean we spoke with both the Middle School principal and Jeff huno about about the beachers before removing them and um for the past four or five years five it's been they've been at the at modified has been at the high school for the games that but we also had games without them we just had to put out all the chairs and the
volleyball does modified here but they put chairs and there's plenty of room yeah okay and so for physical education class it's fine without the actually some cases better so this was a conversation with both parties who both agreed that it was working the way it was perfect yeah that's a big perect so great uh second bleachers I can't remember if this is in or out of this scope and it's not really outl here and I did look earlier the bleachers at Alumni field are they in or out in in okay good because the ones we have okay and then just as a side on the eight Lan track I do know someone who bids out sporting events you're not getting if we are looking to any kind of I know we won't get anything about
by the same to I'd love to have those numbers that say what does that yeah I'm not disagreeing with you just I think I think there is a relative to hosting section but I have no idea what that is thank you know was a our charge when we started this was to start with an eight Lane track and close seals six Lane track was not ever an option for us when we stud just just so I guess I personally disagree with that premise I I was not from the beginning I not on the whole Ste Chase I mean as I said I love the idea and I love reaching for things absolutely we should always aim above and beyond but then when it comes down to the numbers I think we sometimes have to make
toucher choices and be realistic with what is also think that that's not something you can go back and do later where some of this other stuff is so you you you make a decision today if you're going six or eight Lanes unfortunately that's why I started the you know how old is the track is there any possible way we get away with resurfacing knowing completely what the entire backstory is because yes I very much understand that too it's not the oh yeah just add on two more later so included in that are the bleachers the fencing right there are other things besides the track the eight Lanes of track in that number yes right yeah but but beyond that it's probably just the track in the F to be we had the fencing originally as
a separate line but I think we we feel well and also there's increased security uh which has been noted by principal moving the track and moving the fence yes exactly that's that other you know what I mean other benefits to it I don't know it would beoo us to pull those numbers back out I don't know what they look like so I don't know if it's less shocking I mean yeah we can we can kind of break apart that number to see all the components um I know the fencing for example though was regardless of what happened to the track I think everybody was pretty ad about replacing fencing because condition of that fencing right so think pre-referendum we had fencing as a line track as a line so we can we can up that
what the comp pieces are I do also want to just comment on something that we made sure that we did not touch whatsoever was the science classroom SI with the middle school and high school we felt that in terms of programming stem going in the future that those were you you notice I know there's some discussion about air conditioning as an alternate but other than other than that you know so that was really when we looked at this we did look at it an educational focus in terms of you know right away those those are you know top priority what can we do and then also what would we like to see in the future better actually so yeah I think that the cafeteria is were the one item which wasn't necessarily directly educational um
you know would improve the the supervision of the students that it would definitely make it better Stace but as far as the scope items that were on the table those seem to be the ones that were least impactful to an education um expence so we can get the information requested and also um you know also in terms of I don't think we've gone into any details on what type of tables or things like that correct we haven't had we hav't CSR provided vendors and some samples we have Surplus fund balance the cafeteras you guys authorized me to spend the money I just haven't gotten to it yet so that's why we do know that we can you know look at the table reconfiguration and from being there and looking at the tables I think with
reconfiguration of that the the supervision would be much easier big that right now is just the length of the tables you're stuck in a very one siiz set up and you can't really reconfigure right otherwise yeah if you could have an aisle down the opposite side then you at least have supervision during Co we actually taped it out I went over I remember those yeah yeah and and we were able to uh expand some of of the seating couldn't have quite as many kids in there but they gave us more options with smaller tailes um I do want to give a plug to Jim for the uh the nurse's um office at the laning if you go it it looks it looks very good so make sure you stop by and say oh that's the
wall but okay he's driving now okay thank you thank you thank you thank you um so next I wanted to uh just uh talk about uh a few things that I mind under our commitment of all student staff and families will be Eng an environment that promotes caring relationships open communication cooperation wellness and safety and the first I think you have um the listing of uh committee membership in front of you and the responses were really good to um asking uh people to join our committees um so for diversity equity and inclusion 11 staff members MERS 10 parent members and one Community member uh expressed interest uh five staff members and seven parent members for our Wellness committee and then nine staff members two parent members for our technology committee um I believe that we
can accommodate all the staff and uh the the parent members I know in some cases um it might seem a a little big I think that after the the first meeting so for example with diversity equity and inclusion um if we need to divide into Elementary and the secondary Focus um we could we could do that uh I know that if we needed co-chairs or someone to to focus in one group Rachel Rachel Marcel um would be interested she's actually uh attends the um Equity officers meeting in cap region Bose so I mean my recommendation would be to uh to say yes welcome and we can send out the the emails um tomorrow okay um also on the next slide I did send you um in an update uh some information regarding this but I
wanted to to to talk today too so um Capital Region Bose's engagement services and educational Support Services have agreed to partner with us on a plan to increase family and Community engagement uh it would be no no additional charge it's something um that they would like to start pursuing and and modeling so and learning together with us just so you know um we already work very closely with Shannon Swain through um School Improvement and uh the Adrien Leon is the communication uh director so they would be both involved and just you know um these are these are the three kind of objectives of of this so um creating a greater connection going backwards between students and The Wider Community uh increasing family attendance and participation uh in activities and then also empowering leaders and other
District constituents to increase involvement with the schools so working together with community members as well and some some strategies and some of these were mentioned in some of our Communications last year with the board but would include uh focus groups conversations with school and District families um Community leaders and other groups to better understand their experiences with us um for us to be able to you know explore potential barriers to uh engagement and then um brainstorm possible solutions so uh I wanted to share this first before proceeding any further um and then uh we would go deeper into what this would look like and uh what this would entail so this is also part of the Abram Lancing seap that you've heard Cliff um Cliff speak about as we were talking the students that are
uh and families that are at Lancing are also later on at the middle school at the high school um in all of my meetings with with principles we talked about engagement so um this would involve Abram Lancing as part of the cep but it would be much broader because of District Glide so any questions about that at this point I can keep you updated and then the following uh bullet I don't think I did a slide for that um is just a Communications survey so um and by the way I don't know if you had a chance to read it but the first newsletter that did just go out a couple hours ago and um you know this was a I want to really thank Mary Beth Garo a lot of lot of work a
lot of positive smiling faces and um we will be um you know working each month on this and then picking certain areas to go more in depth on each month uh we really wanted this to be a a kickoff showing our events for um the first month but as part of that um it's part of our enhanced specialty hours something that we already uh have through Communications um we have a draft survey um to send out to parents once it's finalized and and community members if we can figure out how to get to them and just a few examples of questions would be um what are the most common reasons you visit the district website it talks about what do they most often use to get information you know is it website Facebook Instagram their
own uh social media um how satisfied are they with the current website and um you know then also questions about any assisted technology needs um you know demographics but this would be a a first step to get some feedback on the communication tools that we use um and then also and I'll share this in a report but I do have some analytics we started uh asking for analytics to be tracked and then we'll be continuing that in terms of um you know the different media and then also what types of stories bring the most likes the most shares so this is all part but I wanted to um to make sure I touched upon those three so any any questions comments and then I know that there was a question about um the new residency
uh verification system we use so Mr Martinelli Sor would mind clicking on the graphic links so this year this year we opted to go with the Bose's residency verification uh service and um what what they do is they have three retired state police officers one of them lives locally uh and these guys are pretty Dynamic we've done uh 24 residency checks or have requested 24 residents in requests uh they've completed 15 of them and and um I'm very impressed with how thorough they are they take pictures um of houses cars uh they understand all the laws are extremely familiar with um the uh rules and regulations around uh people being homeless and what you can do and not do and ask and not ask um and uh I I would say that to date our
collaboration is has yielded seven kids who are not District residents um I would say one of them was a charter school one of them was am out of District um placement which are very expensive and uh I would also say that um we've developed a new process so there there's four people now in the district that can do residency requests at all all sort of flow through me but um Rachel Marcel uh Ken and uh Miss aaria and our registration Sarah Burwell my uh secretary and uh and myself and through this can do whatever she wants that goes without saying but um there's a there's a nice process where we document the ask and provide the information that we need and then we get an electronic verification report back uh we keep a Google spreadsheet
for the family the address who's in the family who asked for the residency request and then we link the report to that so we keep the Legacy data um so I could go back 3 months from now I I won't remember all of them I promise you that um but we can go back and make sure that everything is in one place and we've been uh searching for that U for quite some time um to you know where house that data so it's actually been um working very well it's aable uh which is nice so the year after we'll get our our stateid back and and again I I'd like to emphasize how professional um these guys are and how uh responsive and they've been doing this a long time so uh so far knock
on wood as as we've done you know we're into 24 of these so far it's worked out very well um I also believe that if Rachel were here alinaa were here um they would they would mirror um that remark so and the principls can re request it of you yes and that's and it's you know we don't want to have it's not to shut anybody down but we don't want to have too many hands in the pot we want to make sure that we're efficient and we want to make sure that it sort of meets a certain Muster that yes this warrants that we have to ask somebody to go and make sure this family actually lives here but I do have to tell you there's 24 so far I mean we're really you know
not not too deep into the school year and probably a few weeks from now I'll have another 24 it's it's it's a it's a needed and necessary um service we've been doing it a long time I I think we're just getting more efficient at it now and um you know keeping the data better and getting a a a prescriptive report that'll tell us exactly what we need to know and then we now know and have automaticity in the next steps okay this family we verified it they're going to get a letter from us we try to work with families you know I mean if they needed a couple days in the school and we try not to be ogres but we simply cannot um house families here that that don't live for district and it's
been communicated to all the staff and everything to that this is the new service that we're utilizing and all of that certainly certainly to the to the principles I I know you know we we've we've discussed it in different places yeah I don't think every staff member even knows that we do residency checks in that way but anybody who would require one you know for the the good of their building and what we need to do absolutely knows the process okay so and and again there's some nice controls thoughtful controls so this isn't where we start either this is sort of how we end the district do a lot of leg work before we even get absolutely and and really these things come to us in many many different ways you have to have you
know your your kind of finger on the pulse um while we've now in the last couple years particularly with our interim reports and our um I ready reports our report cards we've been sending everything electronically we've really we save $110,000 a year in postage doing all those things which is part of the plan but I still have a send some letters because that's that's one of 10 to 15 ways that I could describe to you that we find out that people don't really live here um you know so so a couple times a year each school I I still have them send out a mailing that's just one example of the many ways that that we find out that you know people may not be here um last year I did I don't want to
drag this on too long but last year I did um one for a random for Charter Schools um and I'd like to continue doing that where I I I pick a few um that I've been in a charter school for a few years to make sure that we check and make sure that that family still resides and and again last year when I did that we found three or four families um that were no longer living here so you know I I think it's money well spent it's an ounce of prevention um if anything I wish we could do um wish we could do more of it we're getting there good I'm glad that it's working thank you any other questions for Dan so then at the last meeting there was a request for Stacy
to uh talk at this meeting in terms of um proposal that is um bid in November so Stacy okay so I just uh shared uh with the board members and the audience as well an opinion that was written by uh assembly member McDonald regarding the item it'll be on the November ballot regarding a constitutional amendment question as it relates to small City school districts and um a limit on our debt um it if the proposal is to actually amend article 8 section 4 of The Constitution um there's a constitutional debt limit placed on small City school districts um so small City school districts are treated differently than urban and rural schools it only relates to small City school districts um it wouldn't mean that uh it would be unlimited debt for small City school districts
um it would just level the playing field So currently there's a 10% limit um for Rural and um suburban school districts and our limit is 5% so it would just um level the playing field so that we would all be at the 10% threshold um no change to building Aid or of the process to approve a capital project Etc it's it's literally just changing that percentage from five to 10% so that everybody is equal um so again that'll be on the November ballot and um it would be exciting it would uh create opportunities for small City Schools such as ourselves that might be something that you want to put or although depending upon when your November newsletter is going out but get it out to the voters more difficult part is I think this is
a Statewide so it's we could get every single person in cahos and struggle to make a situation I also have a update on the audit committee meeting was scheduled um we only had one date normally I have a couple of dates that I can ask you your availability but I only had one date um so it's October 23rd at 5:00 with um MMB used to be Marvin um it's now mangle meter bar and Company it's the same folks they merged um we are up for that RFP this winter so we'll go through that fun process uh the financials are late here um hopefully I'll have them next week once I receive them I'll send them to the committee members they'll be in draft format the first like 12 pages is called the management and discussion
portion I do all that work but I need the financials in order to grab the data and put it in the charts uh so it'll be uh the meat and potatoes of the report but it won't be the full report um and the st3s are late also I reconcile the st3 days against the financial statement so um we're a little later this year than than we normally are or a couple weeks behind but we'll get there um hopefully I'll have the st3s ready the end of this week and again as soon as I get the drafts then I can finish that reconciliation and we can move forward you let us know if there's any glaring things that we need to pay attention to prior to the 23rd just because it's turn around a little take
as far as information goes I'll I'll let you know as yeah I'm still getting audit requests I got 10 yesterday I got two today so I'm still getting audit requests uh yesterday was all extra classroom um so yes as soon as I know I will share it and I'll give you a highlights yeah and then um we'll take action on the 25th um and I'll give the whole board highlights at that time as well thank you um and then before I do upcoming events um I I know that we there had been some initial draft discussion about uh talking about data and deip today um we knew that CSR um would um would take a bit so um our New York State assessment grade 3 through eight data is no longer embargoed the Embargo was
just lifted very recently and this is from tests that were taken last uh spring um so Mr Martinelli is compiling a report we have our data um comparing it to um neighboring districts so uh we'll share that in an update and then also have discussions you know publicly about any questions um but we will be we will be sharing that first so that you'll have you'll have that no s speak let s preview we'll give you a sneak preview Friday um I would say you want to talk about math 30 30 seconds or less um you ask in the in the past our math scores were always greater than our Ela scores uh just after the pandemic here the last couple years that reversed itself that's because can't kids can't learn math online um maybe
I shouldn't make blanking statements but I feel that's the truth um I also feel that the implementation of a new assessment system um strengthening our AIS systems and bringing in a new math curriculum with Fidelity uh will show that there was increases in math um that that are uh good very good so that was less than thank you on this spot sorry it was 36 seconds did it go over we'll take it out this REM right back down okay and then we just put some upcoming events and uh strengthening families um there were uh 2022 uh participants in total I'm at Abram Lancing at the last one um and you know there is a there is a cap that was six families so um hopefully all 10 will be able to who have signed up
will be able to come and then uh when the elementary presents on The BLT um we'll be able to talk about a little a little bit more but uh um Rachel said it was the most fun she had in a long time so she was very excited she came when she came to the game afterwards she was very related about the the whole thing yeah perfect thank you okay uh any board discussion of agenda items no any discussion on agenda items business tonight um with that designation cons looking for a motion that the board accepts the following resolution to be October 11 2023 agenda 6 a through c 7 a through K and 10 I'll make motion I'll Mr Jackson yes Mrs Snider yes kendin yesus yes Mr Jose yes Carri yes um just a
quick note that we accepted from CDTA a donation of five bus passes for student transportation so thank you very much to be used for career expolation uh any comments from Board of Education members on anything not on the agenda tonight so I just want to take a quick second I have the opportunity to speak to to several people this weekend um and while it was not an issue that was in front of the board um I did talk to them and hear with they said about um the play and Performing Department um and I thought it might the um so there was value in what they said about for some students you know that's their sport that's their preferred extracurricular um and we develop we have programs that developed our athletes um would we be
able to look at you know making a path to develop these kids that's their preferred sort of way of of you know enriching their academic experience which made a lot of sense to me so I'm wondering if come budget season we I know that there are discussions sort of operationally um if we can look at that and try and build it into the budget so that we have you know um kind of an enrichment an introductory path which is sort of what this was kind of meant to be um but then also an opportunity for kids who are going in that direction to develop and grow before they get to the middle school so that it would built right in and it would not be any sort of a shock to anyone yeah so I
think um definitely this would be as you can see from our participation numbers in our our theater arts program continuing to uh expand we have a number of elementary students interested as well so I think it's time to really explore what can we do at the elementary level and then continue at the middle school good timing and uh um we'll have preliminary discussion so we're we're ready for our uh budget discussion we won't talk budget yet C because we're not done with auditing a we right questions from the audience from the audience no policy review the next meeting is October 25th following that is November 8th that said and I please get a motion to enter into a very brief executive session to discuss negotiations with the CTA I any motion second thank you Rich
Jackson yes Snider yes jenden yes there it is yeah Jose yes car yes thank you thank you
