001We will now reconvene from our recess. Um, but before we move into our work session, I would like to ask that we pause for a moment of silence in memory of Khali Alamin, affectionately known as money. This loss has been has deeply impacted our entire school community. We are still grieving and we recognize that healing will take time. I want to extend my sincere gratitude to our counselors, teachers, and administrators who have shown up with compassion, care, and strength for our students and for one another during this incredibly difficult time. Your presence has truly made a difference for our students and the family. I also want to thank our superintendent for her leadership and steady guidance as she has navigated not only this tragedy but multiple challenging situations through her tenure. Her commitment to our

002students and community does not go unnoticed. As a district, we remain committed to supporting the students family, our students, and our entire school community in the days and weeks ahead. At this time, I ask that we observe a moment of silence. Thank you. Um, we will now move into our work session. Um, but before we begin, we need approval of our consent agenda. So, may I have a motion to consider the consent agenda? >> I motion that we consider the consent agenda. >> Can I second the motion? >> Is there any discussion? >> Not much. Um, at least for me. Uh although I have to say that the list of um staff who are going to be doing summer school is a a real who's who of awesome >> it always is >> awesome staff

003in the district. Um it it really made me smile just going through the list of names from my daughter's past, you know, former teachers and and the like. Uh so just it's uh exciting to see. It means we're getting close to the end of the school year uh and gearing up for summer. And as I mentioned out loud earlier, I'm as we begin to staff up for next year, I'm really pleased in particular to see that we have found um already a couple of intervention specialists, which for those who don't know, those are some of the hardest positions to find. They are the hardest degrees to find. And um you know it is simply worth saying out loud that um we have a salary scale that attracts candidates and um that is important of us

004to do because these kids need and deserve the services that these folks are uh are bringing them. So, thank you to um Sean and his staff for um I mean, my gosh, they've filled up a lot. That's great. >> Any other discretion? >> Oh, sorry, one more from me, >> Liz. Um you might not know this off the top of your head, but if we could find out from Sam, I was just curious in um the section was this? >> The vendors. Uh not no not the vendors but the uh yeah the the >> emergency repairs. >> Yeah. What were the emergency repairs to Canterbury and Noble. >> Okay. I'll find out. >> If no further discussion, Miss Leam, >> please call the role. >> Mr. Heights? >> Yes. >> Mrs. Howard Prime? >> Yes.

005>> Mr. Trimble? >> Yes. >> Mr. Hodskis Lily? >> Yes. >> Mrs. Krenshaw? >> Yes. This meeting is a work session to disend this report. >> I will now turn the meeting over to Superintendent Kirby. U just very quickly for this report, we have the second reading of policies group C. Um Sean Patton is not here this evening, but I will take any questions or comments on uh these policies. >> No new ones. Um, I think my only comment would just be um to see if we can get an update from Sean if there's any ability or any thought around unchecking some of the optional boxes on the AI policy and if so, which ones? just because there's just a lot and uh I think last time I asked if we could that could be

006split um or or segmented even within the policy itself to really call out AI policy that affects students a policy that affects staff um and making sure that it's like very explicit so that if a student or their parent uh were to look at that policy they could kind of tell what part of this is for me. I think that makes a ton of sense. >> There was and those other questions just for the board members we have taken back to legal counsel. So we'll have an update on that too. >> Appreciate that. >> That were raised in the last board meeting. >> Cool. >> Thank you, Liz. >> Thank you. >> All right. So, this meeting is a work session to discuss the Heights 100 event. Um, and I will now turn it back

007over to Superintendent Kirby. and I'm gonna turn it over to our high schools foundation team for their presentation. >> Hi, >> thank you everyone. Um I just wanted to um introduce um um Mr. De who's a Heights grad who um is helping us with the um the Heights Schools 100 and um he is um in charge of Friday and Sunday. Um and um we also have our um my also um I have um our See free no I I I know >> proper introduction >> the work sessions are very formal I do understand people you know people give very sense so go ahead yes >> it's all just so um and then so um Betsy you all know and then also our um I >> president of the high schools foundation Susan Carver and I

008al also would like to ask did anyone in this room drive in on that red scooter Sweet. >> You need a ride home. Good day. >> You need a ride home? >> I've got my car. >> You have to bring your own helmet. But yeah, that's pretty cool. One one thing Betsy or uh could you move the >> the microphones >> microphones and just in the in between each of you so that there's one in between that way it'll be easier for the text you can pick up on the voice. So um >> so the what I put together though talks about what we've um done over the last year and then um at the end we'll talk more about the um the 100th and the events for the hundth. So um if we could

009go to the next. So, oh h so over the last year um we have I just wanted to talk a little bit about what we have done over the last year and um for some reason it's not the top of it is cut up. >> Yeah. Um anyway, but that's okay. So um over the last year we have participated in a lot of events and um starting with the um >> You're good. >> Oh okay. Starting with um >> Oh no I'm good. So we have participated in many different events this year. Um and those are convocation which um we participated in and the um we hopefully that's good um homecoming and um we um we were also the next screen um we were um un the University Heights um fall festival festival. We had

010a um a we were there and able to tell everyone about what's happening this year and what and the uh fitness under the lights. So, we've included photos of everyone who participated and um we can keep going. So pretty. Um and um we also um inducted to um the hall of fame. We had eight people and two who were here and then two who weren't in Cleveland at that time. Um we also worked with the um image makers at the high school and um provided a stipen to all of the students. We hosted um an event for all of those honores at um at Edwins. And during that time at Edwins, we had sort of an impromptu um fundraiser. And at the time we raised $23,000 that evening, which helped us um with not only

011providing the stipen to the students, but also helped a lot with what we were um accomplishing this year. And we keep going. Um so over the last year we've been through the heights 100 we are also um really proud to have secured a lot of events and these events we um had the golden tigers that was an event that we held we also had the 2000s the 1990s ' 80s7s and then this weekend we have the 50s and 60s and then >> oh can I just jump in for a Yeah, sure. >> So, I just want to quickly go over. So, these meetups is something we talked about doing. Um, you know, we have an alumni/donor database that's only as good as the information we have and the way people move and change email addresses

012and phone numbers, we find that it's really hard to keep up with people. So, we thought how fun it would be to throw these events, these decades events sort of and really they weren't fundraisers as much as they were like we call them like friend raisers. So to kind of get people back here to remember how much fun they had at, you know, in the Cleveland Heights University Heights School District and get them excited, get their new information and let them help us spread the word towards our fundraising goal in the future and future events. So that kind of breaks that down. >> And we had anywhere from 100 to 180 participants all very excited to um engage in the meetups and it didn't cost us anything. >> Yeah. >> Just goodwill time. the the

013one thing that we tried was um we had a donor who said we will help if we could have an event in Cincinnati where he's from. Um we worked with um a couple of our alums to have an event in Cincinnati. We reached out through um through our current email addresses to encourage people to come. And um the event in Cincinnati was we had about 30 people show up and it was incredible. people you who graduated five years ago and then people who graduated, you know, 50 plus years ago came to the event and we were able to ensure that we had updated email addresses and also just donations. So that could help cover the cost not only of the 100th anniversary but also help with ongoing events that we we provide each year. And

014then I happen to be traveling to Houston and decided to try to have an event in Houston. Well, we had 30 people show up to that event and um I just happened to be going into town and again we we have people all over the country who are now we're able to contact uh regularly who want to help in fundraising. They want to reach out. They want to help with whatever we need in the district um for and for the um foundation. So it it's hopefully in the future we'll be ha happy to host other events. Um I know that there's uh one in New York and one in San Francisco that we are definitely going to have in the fall and we're just going to continue as we can to host these events and

015especially with um with the hundth. We found that even though we have about 40,000 names in our system, we don't have current email addresses. But by hosting these events and by working with our marketing team in um in establishing a way for people to update their their information, um we found that we should be doing this as often as we can. So, um, that's been very exciting. >> If I could just add one little quick thing, too, that I think is worth noting. We also filled restaurants. >> Mhm. >> And we filled restaurants um, many of which are owned by Heights grads. And I think that one of the nice sort of just secondary impacts of these meetups, which are phenomenal, is that we remind the business community of the financial impact of the Heights

016schools. >> Yes. >> On them. >> Yes. Yeah. >> Um so it's Yeah. These these are amazing events. I hope we do them every year. And what what's been great is we've hosted at least what I've seen the last two two and a half years that I've worked for the foundation is that we were having and hosting events just for years. So >> 87 there an event for people what we found and I'm just going to use the '8s as um as one of the events is that when we hosted the 80s we had so many people come saying oh my gosh it's so great to have the last 10 years represented here and for people to show up because they had friends who were freshman then when they were seniors or sophomores when they

017were seniors. And so they asked at the end of these events are we should host these annually. So and we're going to do that. We're going to host these annually. Fortunately, it's not doesn't cost the foundation anything. It in fact it's been a way to reach out to restaurants, especially those on Lee Road right there. and they've been very happy to allow these kind of events at their locations and not to charge us, which has been great. So, we'll continue with that. So, a very fun time was when we hosted the alumni hockey game. It was Heights versus Shaker hockey and Heights won, of course. It was 11 to 4 and we this was a way to do something with the um with Shaker Schools Foundation. And so we meet pretty regularly. I meet with

018the head of the Shaker Schools Foundation, but I you know we said to to the staff there, let's do an event that um will bring more people in. And we had so many people come. it was the most people at the Heights hockey um rink and um they were people very very excited. So, we're going to continue to do that. Um we did try to have a basketball game between Cleveland Heights and Shaker. Unfortunately, with when people were available, it did not work out this year, but we're going to try again for the fall and have a basketball game between Heights and Shaker, but we will also next year Shaker is going to host a hockey game. So, um, we're going to continue to host these events and it's really a way to bring more

019people in and a part of the high schools foundation. So, our fundraising efforts over the last year, we've raised $383,61 that is made up of, and that's just so far. That's made up of our annual giving and those who are donating to the Heights 100 scholarships. We've raised $160,675. And we now um we have the accounts for the Heights Family Resource Center. and those dollars are put aside for the Heights Family Resource Center. So that way when people are looking or need help, the those who are running the Heights Family Resource Center, they come to us and let us know and we have been um helping with that. The three new endowed scholarship funds are the Constanols family uh fund, $25,000. It is a um for the study of biology. It's a scholarship fund and

020the those recipients will be selected for next year. We're just closing in on these this year and um that will be a $1,500 scholarship. The uh PGAR scholarship $30,000 for study of history. And um we I just received an email today confirming $25,000 from Daniel Solo and Audrey Davis. They're a couple who do not have children. They did not have children attend schools, but they um live in Cleveland Heights and they both taught at Case Western and um they they're coming up with their um they're looking at what they can do to help the district. And um because they don't have children and they don't have uh and they're coming up with what to do when they pass on, they establish this $25,000 gift for a study for a student who's studying, excuse me, STEM.

021And Laura, before you go on to the most incredible >> donation here is um I've been the president of the high schools foundation almost 10 years now and I have never seen this number of scholarships come in this frequently and it's twof reason it's twofold. Laura's efforts without a doubt and secondly I strongly believe it's the heights 100 >> marketing campaign. It has brought the schools to everybody's mind. It has brought the Heights Schools Foundation to everybody's mind and they're reaching out to Laura and they're saying, "I'd like to give." Now, we'd like them to give to the Heights 100, but that's okay. We love the fact that they're scholarship and they're endowed, so they'll keep on giving, right? >> But I truly feel that it's Laura's efforts and our Heights 100 that is really

022bringing people's minds to the forefront. People are thinking more about our schools and our kids and what where they'd like to give. >> And and this one in particular, the um um Mr. Solo who I met with and I have not met his wife in person, but he and I have met twice already and he confirmed today the 25,000 is that we we had an ad in the um Heights Observer and he saw the ad and and it was about the Heights 100. He said, "What can we do to establish a scholarship in in our name?" And so um it's it these I hope will continue to increase over time that more more will give for scholarships and um and these are in doubt. So um all those funds go to uh accounts at the

023Cleveland Foundation. And then for the Heights 100, Audrey and Albert Ratner um pledged $100,000 as a match. They've already given $50,000. they will give another 50,000 for anyone who has donated uh for to the foundation if we can raise three more donations at 100,000. We know of at least two that are going to happen and we are reaching out to several others. So we hope to have even more than the total of 300,000 for the Heights 100. >> It's not only our efforts, it's Mr. Ratner's too. >> Yeah. Yeah. He's the influencer. So he's 97 and uh very proud Heights grad and um so we're excited about those >> royalty. >> Yes. Yes. So um so a walk through the centennial year we um have coordinated a whole yearong worth of events and we have

024the weekend coming up in June. So it's June 19th, 20th and 21st. The vision for the weekend is to re-engage with alums who we haven't been able to contact. It's also bringing together just the spirit of our past and elevating um what we do for our students and to bring alums home. So to fuel another hundred years, we're in the process of of raising a million dollars that we will then in turn be able to support other efforts over the next hundred years and the weekend will also celebrate Junth. The weekend will also celebrate Father's Day. So we are hopeful for a great weekend and um and are continuing to raise funds for that. So the kickoff is on the on June 19th. We have um two Junth celebrations that will happen and they uh

025were working with Japo and um and Mike can talk about more about um Friday. >> Sure. Well, we are I don't know if anyone is uh aware of this, but we are in discussions with the city of Cleveland Heights to do a possible uh parade for Leila uh >> Edwards Edwards. >> Um and I'm sure I think that's I think her her only, but that would that would start on Friday and start near Kane Park and finish at the high school to start our event off. She would be the obviously the star of the parade and also would be our special guest, get on stage and stuff like that. She would actually kick off our kickoff. Those are in talks. That's something that's very exciting that could happen. It could just spark something really beautiful.

026But the ice kickoff starts around 5:00 p.m. Um and uh as you you all I know you do know that we've been working out all the the uh security and uh and safety issues with that. And uh we are we are right around the corner from everything happening. Uh just waiting on the chief of police to to get back and get it get every get all his ducks in order, but there's no red flags and everything seems to be going swimmingly. So, we are good to go for Friday. Um Friday's going to be a beautiful night. Um like like uh Laura said, we have Japo Cultural Arts Institute who's actually working with the city of Cleveland Heights for their Junth event which is on Sunday the 14th. Um they're also doing something at Edunds that

027morning. So Japa was clearly the the one to call for Junth and they're getting a lot of work that week, but they're doing it in a special way for us because it's not going to take away from what we're doing. We're going to make sure that it's a Heights 100 event and that we're celebrating Heights, the reunion, the school, everything like that, the building, everything. they're coming in and and she and I uh Tisu who's the director, she and I have been working really uh closely on this to make sure that she brings a type of uh enlightenment and education to the situation and also a a presentation and a performance in a way where everyone can kind of understand. She suggested some workshops and things like that, some interactive things that are like offstage

028and then just bring in an element there that would represent Junth, but at the same time not taking away from what we're doing or change the theme of what we're doing because they do have another event and an option to go to a free event which the city will be hosting on the 14th and I believe it's at Forest Hills, but uh don't quote me because they're not they haven't finished that deliberation yet, but >> they're going to bless us. Yeah. Oh, is it Kane Park? Okay, great. They Yeah, they said we talked we had a meeting with them uh last week, but so they're finishing those those things up, but it's the same company. Um, additionally, we have a beautiful concert uh planned featuring some of the best artists in the city. Um, Apostle

029Jones, who's a uh Mikey Silus is a Heights. Um, I'm not sure what what year was he? >> I forget what year, >> but he's incredible artist. He's bringing uh a lot of >> He's about to go real big, too. So, Cleveland, we're lucky to still >> Yeah. Yeah. >> Um, so and as you can see some of the artists that we have these these are literally the top artists in the city. We have some of the top bookers working with us. >> Um, we're doing some things with the the height singers and the alumni. I mean the choir alumni and trying to fit in a nice little piece, maybe even being a couple so people don't miss it. Um, we have a marketplace with vendors and uh yeah, it's going to be a great

030time. >> And the gala Saturday I'll let I'll let Laura take that. >> So the gala is um Saturday at the high school. We um we are hoping to have between 400 and 450 people attend. Um it will have a VIP reception at in the courtyard area. Um it will be uh there will be VIP at the courtyard and then those who are in the um general crowd who are not in VIP will um come a little later and there will be stations for our um for the event itself. We have student performances that will happen that evening. The way the evening will be structured is the um cocktail hour will be in the uh cafeteria that will last an hour followed by a program in the auditorium. After that, everyone will be directed into

031the competition gym that will be transformed into a very beautiful um place for dinner and dancing and just a really fun time. We already have people coming to this who've bought tickets who are in Maryland, California, all over people are making arrangements. We we have a relationship now with the Courtyard by Marriott who has specialty pricing. They are our sponsor um hotel sponsor and they along with um Heaven Hill uh Distillery in um Kentucky will have a special bar um uh event set up at the hotel as well. And um and the hotel is really excited to be a part of the plans for the entire weekend, but also specifically for the gala evening. >> Which hotel is that for? >> It's um it's the one at University Circle. It's the Courtyard by Marriott. And

032typically those rooms are two 250 a night. And they're do they're offering for our guests 185 per night. >> Do you know if they're doing any rides? they are talking we're talking about that. Um they usually do not and um so we're talking with them about how to structure that. Um they don't have a van um but they're looking into maybe the hotel providing something like that for our guests. But for Saturday night, we are telling guests to uh either valet or use um we're working with uh Uber and Lyft to um come to the event in that way because there's not going to be a lot of parking and so we're encouraging everyone to use external uh parking or valet. >> I'll guess if I can just chime in two things. one all it's

033it is a ticketed event um Friday and Sunday are both ticketed and completely gated. Um but for the event anyone who has a ticket obviously then we have their information they will be provided with maps of where you can park in the city and places to get to it. And then one more thing to add to Saturday for the gala during the presentation it will be NCEd by Ahmad Crump and Tom Burton both graduates and there will be a paddle raise event. So that's when the big the big money comes down to play. >> Is it a family event all three nights or >> No, not Saturday. >> So Friday and Sunday are for uh families or in individuals or families. Saturday night um is for adults and and um we are going to have

034three student groups participate and we are providing meals for them in a separate place at the high school but those students already know that after the performance they are not going to attend the actual dinner and dance >> and there's family pricing for both Friday and Sunday along with senior military first responder discounts as well. >> Yes. >> Thank you. >> Sure. >> Ahmad Crump is the announcer for Cavs and then as well he's our wonderful he been MC for >> complication. Both are I think members of the Hall of Fame. >> Yes. >> Absolutely. >> Yes. And Tom Burton's a member of the Hall of Fame. He was uh superintendent at um a school district in Cleveland and then in Cincinnati and now local >> um yeah he's Princeton local in Cincinnati and he's

035>> a lot of fun and has no problem asking people to uh donate to the high schools foundation. He's the one who um when we had the Hall of Fame, he's the one who said, "Hey, if I donate $10,000, who will match?" And the we had 110 people at the event at Edwins and by the end of the evening, we had raised 23,000. So, he he understands um fundraising and he understands the the needs that we have, too. >> Big energy. >> Yeah. Yeah. Sunday. And Sunday is also a paid event on the field and Mike is working on that. >> Yep. Taste of Heights is a celebration of all the local restaurants and eeries and food trucks uh specifically for Cleveland Heights University Heights and South Ukid and some Fringe. >> Um but we're

036getting a great response now that we're finally officially getting the word out. Um it's also Father's Day as you know. Um so we're doing some special things for dads. We have what we like to call a dad the dad cave where we're have a special tent that has some real cozy chairs and some relaxation stuff for dads and some gifts and things like that. Um massages and things like that. Um obviously we'll have a bar for them as well. So just and we're we're kind kind of still building that out trying to see what we can do. Um we have some some smaller sponsors that are willing to give some things to that. But um it's a great day. Um we're going to have uh a lot of different things. The athletic boosters are doing

037a lot of things there as well. They have they have a big uh setup in one of the zones. Um we have music by the Labbert brothers that were just announced uh just just awarded the best uh Latin band in Cleveland for the third year, third time in two years. Dame Drummer who's a uh heights grad who's a Grammy award winner who needs to be in the Hall of Fame. Um I I am in the Hall of Fame by the way, class of 2011. Um, but and we're also doing a uh the Heights Gospel Choir reunion which could be up to 100 members. I just talked to them yesterday and they're rehearsing now and they just had a a reunion I think 50-y year reunion last year or two years ago and they're very very

038excited about this. So excited that they wanted to move to Friday, but that's not >> We'll do Friday and Sunday. >> I told you we can do them both, but we I'll fit I'll fit you. But Sunday's a wonderful event. It's a day event. We get everybody out of there by five six o'clock and um it's just a great way to uh celebrate the the the hundth the last day of the hundth. It's a great way to celebrate Father's Day and it's summer solstice. It's the first day of summer. So >> it's going to be a great day. >> I didn't know that. Please. >> So, I wanted to make sure that everyone understands that we are working with the chief of police from Cleveland Heights and the chief of police from University Heights as

039well as external we're working with an external security firm to ensure that safety of all of our guests and of the high school grounds and the building Saturday night. Um the the um the chief of police from Cleveland Heights um is the one who when we apply for the F2 permit from the state to allow liquor, he will um sign off. he has to sign off as well as I'm not sure if it's the um the entire school board yet or um superintendent, but we will need sign off in order to secure the F2 from the state. And that doesn't happen until 5 weeks before the event. The state, that's what the state asks for. So, we are getting all of our ducks in a row to ensure that everything will be set up in

040advance and we're also working really hard with the chief of police to ensure everyone's safety at the events. If >> I can add some context, Laura and I have been working with the city of Cleveland Heights probably since >> a year ago trying to ensure this. when when we were sure of what we wanted to do, we were the first ones there. But as you all know, we went through a mayoral change and there was a lot of shift and they rolled with us the whole time. But we we have been diligent with this since last August, September, met with them maybe a dozen times combined. And it's still to this point where it's like oo kind of last minute but it's is it doesn't matter how how much run you know runup you get

041sometimes it's still like it's still a process and it's still red tape and it's still you know hoops and jumping and we're just thanks to Laura and and and her hard work and diligence we're just we're right there and we've done everything in our power and from their point of view everything looks good >> and so we're just it's just a wait it's just a waiting We are in close contact with the chief of police. And what we're waiting right now is that that summer schedule for the police officer comes out because then he's going to know the availability of how many police officers can be there on the 19th, 20th, and 21st. And if we have to augment it, we have an auxiliary firm that we will be hiring, >> right? >> You know,

042when that schedule is >> he said within the next two weeks, he'll know how many officers will be available that weekend and that we'll contract with with the city. Um in and in in addition to that, I've been working with um with Ricky um >> Waters. Thank you. I've been working with Ricky Waters and he has already found out how many staff members are available to work that weekend. So, we have seven to eight people each day from the district and Ricky will be out of town that weekend. So um uh Robert Manning is in char is in charge on the school side for that weekend and he will be in charge Friday and Saturday and Sunday to ensure um that he has enough people um present. So um in so right now we have

043at least seven to eight of our staff members who handle security as well as police officers. And like Mike just said, if in fact we don't have what the chief of police feels are enough officers, we will contract with um >> Lims. Um that's an a company based in Cleveland who has handled in the past the um Republican National Convention, the um when the uh the football draft, they understand how to provide security for large scale events. >> Um one thing if I can I just jump in? >> Yeah, please. >> Yeah, thank you. Um so Laura, we've already I've had this conversation with you already. Um, but it's probably just worth it since we've got cameras and it'll be on YouTube and all that stuff. Um, to call out that the Heights Schools Foundation

044and the Cleveland Heights, Cleveland Heights University Heights City School District are two separate entities, very intertwined, but we are separate organizations. Um, so, uh, are will you be paying rent for the use of facilities? uh >> for the use of Cleveland Heights High School and we were not asked to pay for >> the use of the facility. >> Okay. Um and but for like uh security staff like >> security staff we we are will handle the cost of security. >> Yeah. So like our like um what I'm getting to is like the the community taxpayer is not paying for Cleveland Heights University Heights security staff. like you're going to be paying the security bill for that. Okay, great. Correct. >> That's what I was kind of working towards. Thank you. >> And just for so

045maybe other people may know the F2 permit is just a temporary liquor license for the weekend. >> Correct. It's for four it they offer they used to offer uh each day and you had to apply per day. Now they do four days and you can use one day or you can use four days. So, we are applying for the 4 days. >> If I could just add the security plan that Mike and Laura mentioned, um, it it is written out in full detail and can be emailed in hard copy. >> Yeah, I have the hard copy here. So, if you wish, >> it goes way into more detail than what we just talked about. >> Yeah, thank you for that. Yeah. >> Um Liz, could you ask Sean um if he could just do another

046kind of pass through on policies and administrative guidelines to see if there's any language that has to be tuned up around alcohol on premise? Um >> right. We are tuned in. >> Yeah. Because um because just for context, I mean this is something that is relatively unprecedented to my knowledge. Uh >> legally, yes. >> Yeah. Thank you, Dan. Um, and uh, and there, at least just in my cursory past, there's some stuff that might be ambiguous that might have to be tweaked or have a an addendum kind of writer about outside organizations using the space >> um, for these kind of fundraising purposes and that sort of thing. Um, a lot of it seems like it's really kind of more driven towards like sporting events and those sorts of things that happen. Um, you know,

047tailgate, we don't want people tailgating the parking lot, etc. um tailgating with alcohol have some type of wristband or something. >> So all attendees um sorry go ahead. >> So so let's say I'm attending >> I have to show my driver's license. I need to walk through it through um metal detectors or metal detector. There will be wands um and also um >> tag check. >> Sorry bag check. >> Yeah a bag bag check as well. So every attendee will if you are 21 or over you will have a specialty um uh >> bracelet. Um we are doing this because at one point we talked about doing you know a necklace and a bat lanyards but I know that I can take that off and give it to somebody else. So we want to make

048sure that only people who are 21 and over have those >> wristbands. All 21s have a it's a cloth wristband that is literally un removable without cutting it. You can't share it. You can't squeeze it off. Um and those are be those will be checked at every area. Every area serving beer on the on Friday and Sunday was cordoned and is will be protected in that way. Um and it'll be very clearly uh noted. I was on we did a walkthrough today on the field and so we're getting a better understanding of how it's probably my eighth walkthrough but we're getting a better understanding of how to secure that. We also have to have one of the things that the chief wanted was a a liquor storage area where we're going to keep all the

049all the alcohol and storage uh liquor u wine and beer and stuff like that. And so we found an area that's like fully gated and will be protected and we'll be we'll use probably bring in another storage uh facility within that just to keep it extra secure. But we're going the extra mile. And the other the other thing is for Friday and Sunday, the only alcohol that that or the alcohol will only be served on the field area and there's just one entrance to we're not having multiple entrances and exits. We'll have one entrance with multiple people manning the entrance, but um there won't be alcohol or bars set up all over the block. We'll just be in that area. Um, and I we put together a security plan which we emailed um at your

050last right before your last board meeting and we prepared for today. We prepared another um an updated look. So I can hand that out and if any of you have any questions regarding that, feel free to to ask those questions also. So I can handle >> Can you remind us that none of this um the slides have times? So on what is the time for Friday? >> 5 to 11. 5 to 11. And uh what about Saturday and Sunday? >> Saturday VIP reception is 5 to 6 and then the general is from 6:00 to 10. And then Sunday >> Yeah, Sunday is it's essentially 12 to 6. The VIP entry will be 11. >> Um great. the I didn't see anything in this in in the the abbreviated security plan here about um having a

051squad present. Is the plan to have a squad present like there is at football games and basketball games. >> Yeah. >> Okay. Thank you. >> The legal voters lovely. Um, >> so, uh, one one thing when I was looking at the slides over the weekend, um, that kind of, I guess, I'll say kind of jumped off the jumped off the page, um, because I I I wasn't aware of it being I wasn't aware of the themes prior to seeing the deck. Um, it struck me that to my knowledge, this is going to be the only paid Juneenth event in Northeast Ohio. Um, I went and looked at like Cleveland.com last year that publishes a pretty comprehensive list. Um, and I also recognize that much of this might just be happen stance that the event kicks

052off on the proper Junth date. Um and so it's like oh of course let's you know combine the two which I my assumption of how that sort of came together. Um but I do and this is absolutely the the foundation's event. This is not the district's event. Um but I just wanted to call that out as a as something that I could see potentially getting some push back from certain members some members of the community. Um you know >> Yeah. And that's fair. Um for so originally we were looking at the weekend prior and at that time I contacted the city and they told us that they were having their Junth event on the 14th. So that's why we moved to the next weekend. um and knowing that it's would be um Junth on that

053Friday, but also recognizing that that's the weekend that we're able to host all three days. And we had at the time to work through when is the track being redone, when is the field, you know, all of these other um uh events that are happening within the district. and that was the most available weekend for us to host. So, we wanted to we are making sure that there's a Junth component and a Father's Day component. In in our perfect world, it would have been held the weekend prior, but we also didn't want to infringe on what the city was doing. So, that's how that weekend came about. >> And in all fairness, the city was a little bit slow and moving um when the mayoral transition happened. Uh, I'm not saying anyone dropped the ball,

054but it was pushed back because talking to the people at Kain Park, they were expecting the city and talking to Japo, they were expecting to do something with the city on actually the 19th. So, things got muddled a little bit and so they ended up they're still putting it together now, which is pretty crazy. I do it is a very very fair point. Um that's why we I was saying earlier I was trying to explain that how we I was working with Tely's at Japo to make sure that this is a complement to the Heights 100 event and that they bring an element because it is on f it is on uh Junth that they make sure because we we would be remiss if we didn't do something on Junth and that's the pressure that

055we would get um and you know we know what our we know what our student base looks like and we know what the community looks like and so we wanted to make sure that we did so it's a really it's a it's a it's a delicate balance But um we we also know that for the price of admission, you're getting Japo, you're getting all these great bands that you would usually pay $35 each for. Um and you get you get to to celebrate the community together. So it's a and it's a fundraiser. >> You know, it's a fundraiser and we make no bones about that. It's in every literature that we have. Every time we speak, it's about raising money. It's about motivating each other to share the word and to get the community involved.

056So, it's always been about uplifting the community and celebrating the community. And so, it's like like again, we want people to come in and we don't we don't also don't want them to miss that element. Just like on Father's Day, we don't want them to miss that element. Bring your dad. Bring the families. And so, we're using that holiday that just happens to fall on our our target weekend and saying, "Let's make the best of it. Let's do something that we can really serve the community because like you said, Saturday is not really for everybody. It does the price point is not really really good." But we made sure that Friday, especially Sunday, that is really cost effective for families. >> I'll also say I guess I misspoke earlier. Um last year's Junth celebration for

057the city was at King Park. I don't I don't see anything for this year. >> Yeah, they're still deliberating. >> I'll also say that their evening performance was it looked like it was a purchase ticket event um for Yeah. for the city. Um the festival was free and open to the public, but the perform performers >> they do they do a presentation and a performance and the performance was a paid event at K Park. So you you could walk around and stuff but to see the actual performance with all the regalia they you had to pay for that. So they did do they did do a paid event on on June last year and uh we think that we're we're in a good place because we have the same people who are bringing that beauty

058and that that that performance to us and but we're doing so much more. I'd like to add to that. Um, you know, because Heights Family Resource Center does come through us. Anything anytime they need something, we're the ones who, you know, like do the order for it. All donations come through us. You know, we we definitely just like there's a fundraiser right now. They're being prom tickets are being donated to students and families who need them. Um, you know, we certainly plan on having tickets available through the HFRC for families who need, you know, who can't afford them and want to come to the events. So that's something that we plan on including as well. >> Yeah. And and in addition to that, so our as part of some of our sponsorship levels, we'll have

059um tickets for the different events for staff members because we know for a lot of our staff members also, they may not be able to afford the $250 ticket for Saturday night. So any sponsors that are in the 10,000 and over range, they have anywhere from two to four tickets available for staff members. So that will happen as well. >> How much is prom this year? >> You know, I was talking to Nancy about it today. The price changed. Originally, it was going to be I think 80 something and then it went to 90 something. So yeah, and HFRC has a number of tickets that t more tickets than they need right now. So there's actually a surplus from the prom donations. So that's going to go back to the prom committee to then lower

060the ticket price for everyone else. >> Yeah, looks good. >> Nice. >> Well, thank you for explaining that because I was I was concerned about that too about the Junth. So what I'm hearing is that it's a celebration for the weekend and we're recognizing Junth because it's just on that date. However, the city is actually having a program for Junth and I think that's important for our residents to understand this. >> Yes. And it happens to be the same company that's bringing it. So, you won't miss anything if you go to either one. You have that option. And also, additionally, >> they're very interested in doing something for us at Taste of Heights, bringing uh a more of a globally cultural type of food type of element, working some things out. So, they want to

061be involved in the weekend as much as they can. So, it's a beautiful it's a beautiful uh coming together. And if and if pricing is a barrier, families can reach out to the resource center uh for tickets to attend the event. >> Yes. >> Thank you. >> And Gabe, thank you for making the research and understanding that last year's event for the city was a paid event. >> Um so that when they bring up that point that there have been actually in the city of Cleveland Heights a paid event for JT, >> but ours is auxiliary. Ours is just acknowledging it. >> That's right. Um, we chose that 19th, 20, and 21st date because we wanted the students involved. >> So, but we didn't want it too close to the end the beginning of June

062and you didn't want it close to the end of June for fourth uh for fourth of July holiday. So, um, it happened to be in June. >> Yeah. I I guess my my my last um I guess it could be a uh a a unasked for piece of advice would be as this is marketed um if if this event makes it onto let's say like the the big aggregated Juneenth list of of of communitywide type events and then someone says, "Oh, I'd like to I'd like to go to that." And then they realize, "Oh, there's a you know, >> it's 20 bucks for adults and how much for >> $10 $10 for kids. So for my family of five, it's, you know, going to be out of our price range. >> My family packs, >>

063we have family packs, too. But the point is is that they're having to pay for it. But again, there's been another event in the city of Cleveland Heights, >> but just making sure that we're very explicit of sort of what this Yeah. that this is a fundraiser, right? This is a at the end of the day, we want to reach our goal of raising a million dollars so that we can help the f the the school district >> even more. And this year, for example, we did not um have a program for teacher opportunity grants because we're focused on getting all of this work done. And we have two people on staff and we've brought in some external people like Mike to help coordinate the events and we have a strong board. But at the

064end of the day, we want to raise the million dollars so that when a teacher has something that is needed, we can help with that. If there are student as we grow our scholarship program, those funds are in and we establish another endowment at the Cleveland Foundation that we could have available to our students funds for for um either technical school or college or university. So, the goal is to keep the foundation alive and running and also be able to keep um offering the programs that we have. >> Yeah. And and don't get me wrong, I I don't mean to to come off as critical. I love the work that the foundation does. I love what all of you are doing for our students. Um I just I've I've experienced multiple times in this town,

065these towns. Um that there there can be a confusion over where where does the city end in the school district begin? Where does the school district end and the foundation begin? You know, parks and wreck versus Yeah. I mean, it's it's all it's it's >> uh there's a lot of >> there can be a lot of confusion when you're outside of our bubble. >> I don't think that's critical at all. I think it's spot on. >> Those are very needs to be addressed. very fair question >> and really good points about just making sure that um >> that the Juneenth is a part of our celebration >> and to be sensitive with that in our marketing to be very clear in our marketing about that. That's that's point is very much appreciated. >> Right. >>

066Yeah. So our last slide I believe well not this one these are the dates and then if you go one more so still yet to come this year >> we have scholarship night this year we um again will um be providing uh somewhere between 60 and 70,000 in scholarships for graduating seniors. Um the sen we attend the senior picnic and we give away alumni t-shirts to all of our graduates. So if you know of graduates, make sure they go to the picnic because not all attend and they have an opportunity to receive an alumni t-shirt. And then also at that time we asked them for their email addresses that they have because we have found that you know their ch uh u uh email addresses no longer work. So we ask for contact information. We

067are participating in the tiger fund run. We are providing all the water for um all of those who are participating and then we're also participate participating um next week I think it's or next week or the week after and the state of the city event >> the mayor >> so um that is the update on the high schools foundation >> and then we are we June 21st >> and June 22nd or or at least July I we may uh uh close our offices for >> nothing nothing planned for the 101st. >> Not yet. Not yet. Not yet. But the things that we've learned from this year of events is that our alums want to be engaged. They want to hang out with people that they knew in high school that they haven't seen in 10,

06820, 30 years. And these events that we held throughout the year were really well attended. Um and they want us to continue with those events and out of those events come donations. So that's very helpful. >> I think it's important to note that um so many things, new things, original things came from our approach to the hund. All these ideas like some of these the the decades and things like that. Even ideas that we're still kind of tossing around. We're working with um like Cleveland Museum of Art. We're doing something in the fall. We're we're doing it's extended even past June. Like we don't look at June as our date. June is just very significant because the first graduating class 2026, whatever. But 2026 expands throughout the whole year and we have the fall and

069and they're so busy in the fall doing stuff through the school from convocation on homecoming. So we a lot of things that we have our plans that we've laid extend far past June. you know, June just kind of is just very signatory, but with so many things that that extend all through the fall that are going to continue to be money makers and fundraisers and awareness, you know, growers. So, it's like these things that have uh all spawned from this this whole venture, um I think a lot of them are going to be around for a long time and they're just going to keep making money. So, it's it's a beautiful thing. >> And also, luckily, if you're uh if the parade comes to fruition, you've got the best parade organizer in the city of

070Cleveland Heights on your board. >> Yes. Well, and I can tell you the only the only hurdle to the parade happening what we were what she told us was is if um it's draft weekend, >> right? >> So, if she has to be out so it's it's not like, you know, do they want to do it? Can we put it together? It's if it's draft weekend and she has to be out of town, >> they don't they don't announce the women's hockey draft until like >> until like the last minute. It's It's not like the football draft or basketball or hockey, men's hockey, but for women's hockey, they haven't announced the date yet for the draft. >> It's a Well, it's a new league, too. It's a very young brand new league. >> But, but

071her family her family is very >> We could have it at high tie, >> the draft. We could we could we could >> but um it's amazing to see how many alums that have not given in the past. Typically each year we have about 300 donors. This year we're up to almost 600 donors. >> So to date >> to date >> and that's just going to continue to increase. >> Sure. >> How's your ticket sales going so far? >> So they just started. So, it's it's slow to start. It's fresh, but we are selling tickets and VIP tickets and >> we're very excited about putting up the pole banners around the high school. Yeah. Printed. They're almost They're ready at the end of next week. >> At the end of next week. >> And the

072city's ready to put them up. And then yesterday or two days ago, you did a drive along the fence with I met with the city and they um we've ordered the pole banners and the brackets. They're going to put the banners around the high school down cedar as much as possible. Um and um and just past Lee down Cedar as well. And then we have um we have banners going up on fences as well. And those will go up around the same time sometime within the next weekend. >> That'll be a game changer for ticket sales. >> Yeah. And one last final well not last but one final thing in additional thank you thing to add to the ticket sales. We just brought back about two weeks ago the personalized paper campaign which we have

073not done since um before co um in the last two weeks we've raised we've sold over 7,000 already. >> So get yours while there's space. >> Yes. Yes. Yes. It's a Yeah, it's a great fundraiser. It's very little overhead and um >> Yes. Yeah. 7,000. >> We're going to need a bigger >> There's a lot There's There's a lot of real estate for for the for the bricks. So, >> um the uh telephone pole signs >> pole runners. Thank you. >> I didn't hear you say any areas in University Heights. So, um, the issue, that's that is a good point. The issue that they're having is where to put them up in University Heights. >> So, it's still a possibility in University Heights. It just hasn't been confirmed yet. >> We do have the number

074of banners to do that. We >> we ordered enough to have around the high school and then also in University Heights as well. >> That's a good point. >> It's been a little more I don't want to say it's not challenging. It's just making sure that it doesn't um impact, you know, what what Jay-Z is doing or what other schools or what um John Carroll is doing. And even, you know, the hope, my hope is just even right along here on Myar that we can put those up. >> Yeah. Or around the Walt, >> right? Cedar Center and we have through our volunteers. >> Great. Because that's South Uklid, but that would include the South Uklid streets which are right behind there, >> right? Yes. So, we have we have enough pole banners to be

075in University Heights and Cleveland Heights. We're just working out the details, >> University Heights. >> With University Heights, right? >> But you'll start to see if you go to restaurants in Cleveland Heights and University Heights, you'll start to see we have posters going up that are on both sides that um people are now hanging up in >> That's great. >> in their stores and restaurants. So it's >> it's two months from today. No, >> Yesterday. No, no, the 19th. It's two months. >> It's two months. >> Who's counting? Who's counting? >> Who's counting? >> We are >> counting down something as well, too. So, I understand. I understand. >> Next year, our our calendar of events next year will seem so, you know, light compared to this year. But I think we're going to continue

076to keep some of these programs that we've instituted this year. >> It'll be busy. >> Yeah. Yeah. They'll be busy >> questions. >> Thank you very much. >> Been very informative. >> Thank you for having me. >> Thank you guys for having us. >> Thank you. >> And if you have questions, please reach out. Or if you know people that we should be reaching out to individually because you think they may want to be a donor or a sponsor, let us know because we >> still need our sponsors and our donors. >> Yeah. >> And don't forget to buy your tickets. But thank you for giving us the opportunity to um present. >> Yeah. Thank you for coming. >> Thank you. >> Thanks. >> Well, if there is no further business, >> nothing else. >>

077Okay. May I have a motion to adjourn this meeting? >> So moved. >> Second. >> Miss Leam, please call the role. Mrs. Howard Prime, >> yes. >> Mr. Heights, >> yes. >> Mr. Mr. Hash Lily. >> Yes. >> Mr. Trimbo. >> Yes. >> Mrs. Krenshaw. >> Yes. Meeting adjourned.
