um uh is logged in would not work um i apologize for the late start we're here in a work session for the montreal school district board of directors our first item of business tonight is questions or concerns about the consent items director getus do you have any questions no and i don't have any either okay um with that our next item of discussion is the discussion of the rfp um we have with us online tonight rebecca jacobson she will be acting as legal counsel tonight for this this meeting and the next meeting um chris moser has been engaged to assist with the evaluation only that's been her deal for us so rebecca as we discussed the rfp we're going to ask you to step out of the room and then we'll we'll contact you when

we go into the next part okay so we want to talk about the rfp there in your board book there were some people that sent in proposals would you like to have discussion at this time did you have any recommendations director evans there were some some that are a little bit more expensive than others right um me personally i like the idea of there's two uh two people two attorneys from eastern oregon um that are closest to us and then uh i i say that i mean we've i don't know i feel kind of a little bit obligation to have rebecca that has represented us before to be in the top three and uh where we would give them all the opportunity to interview director rodriguez um yes i i agree with with and i

that's what i thought that three would look would be the one did you have any comment um just for clarity we have we have four proposals is that right i believe so all right so which which three are we talking about or so one of them's uh justin martinson out of bell uh one of them's wyatt baum [Music] the ghr yeah um i think rebecca has a lot of experience with a lot of school districts that's what i read several i mean i think several of these do yeah and she has done work for the district over a period of time with other issues she's worked with us a couple of times for sure and i think she's done some stuff for the district at other times so so those would be the recommendations um

do we need to vote on that you know we would have to put it as a business item as a business item to interview yes okay and i would say during our next work session would that be an executive session for that type of thing or would that need to be a an open special well that's a good point no i don't think that it'd be executive i think that we're just doing an open session superintendent on my microphone sorry i'm sorry you're moving your head open session yes it has to be open session okay so is there any further discussion on that no we just need to make sure that we uh have a motion beginning next add that to the agenda for tonight okay with that being said um director evans do you

know what time that you uh michelle's actually on michelle and [Music] let me and yeah yeah yeah how do you say it again yeah yeah yeah yeah yeah i'm i'm pretty sure yay i can tell you how to say it correctly i i always do it incorrectly but yaya works perfectly think of it like yes yes yeah yeah okay um so with that um we'd like to welcome the croggio group and michelle i i'm not familiar with you but um we are grateful that you're willing to talk with us tonight about the possibility of doing a survey for the ontario school district so want to go ahead and give us your pitch i'd be happy to thank you so much esteem board members board chair thank you for having us here tonight and we're very

honored to have the chance to work with all of you i've had the chance to speak a little bit with director evans um and have shared with him a little bit about our experience but i wanted to check before we go too far um that all of you have a copy of our proposal um near or in your board book i didn't i did not get we had it last month oh got it okay well if you have any questions i can i can certainly um present it again um what i was going to do is is to just do a quick overview of our process um and then leave most of the time for any of your questions um and make sure that we get to those before we do that though let me

just introduce myself my name is michelle dinkey i'm a partner with caraggio group um i do most of the work in the education sector that corraggio has been involved with i also am a former school board member [Music] up until last year i served eight years on a school board and uh know the very hard work that you all do so thank you very much to you and to your administrators it is a difficult time to be leading a school right now so thank you um i wanted to hand it over to yaya um my colleague to introduce himself and and just as background yaya has been involved with um all of our surveys um in the education area and is very familiar with um the kinds of questions that we ask and and kind

of how we try to to build these surveys so yeah yeah do you want to introduce yourself thank you mr uh my name is yaya hakiki i'm a business analyst at college i've been with project for about two and a half years like uh michelle mentioned i do a lot of stakeholder engagement work at croggio uh survey focus groups uh interviews uh just uh all type of engagements trying to understand uh what's going on in any situation uh prior to joining croggio um i worked in the nonprofit world i was uh worked with homeless actress and foster youth and provided job training so i have a bit experience in from that side as well so maybe just a brief overview of our approach to um to ground you and what we had sent over and

then um i want to open it up to questions um the proposal that we sent to you had a couple of different options um and we specifically included those options so that you had you know different levels of engagement and was really trying to get at a base level of engagement through a survey but also the opportunity should you decide that that's a direction that you want to go in to have more individual listening sessions or also known as focus groups both with community members as well as possibly with uh staff and so those were the the options that we included um all of those options include the survey which is kind of at the core of i think what i had heard you were interested in and the survey would also include a level

of analysis um so that we could look at subgroups within the survey we do have um i just want to uh kind of uh mention this up front we have a very strict confidentiality um uh policy um because we are asked many times to do these kinds of three third-party surveys and so the data is something that we do not give access to and that's really to protect the confidentiality of the folks who who took the survey we also have a policy of not um reporting on any groups that are less than seven um to uh ensure that uh you know any one group or any individual can't be identified so we take that very seriously and i just want to say that up front um in terms of our survey work um the survey

includes an analysis that would give you uh you know a breakdown to understand um are there differences in the way that stakeholders might view the district and the district's work um and um and we would provide that in um in a report and again depending on the level of engagement if you did want to do in-person sessions to include um you know the voices of folks we often um take an opportunity to include quotes in that report then not attributed quotes although with our virtual setting it's a little hard to to keep that anonymous but we do try to include just really the voice of the stakeholder in those finally i want to just mention something that we always include which is a set of questions around diversity equity and inclusion we've actually included those

in most of our surveys going forward and that is just about understanding the um the sense of belonging and inclusion that your stakeholders feel within the community as well as how different needs of different communities are addressed so i'm just going to stop there again very brief overview and really hand it over to you for questions or any further clarification that would be helpful do you have questions that you can ask her i'm sure so just so i understand um the the lower price the nineteen thousand dollars is just the survey right i just uh just a survey with the data and the debriefing yeah so that includes like coordination with the uh with the board and with the administration to produce that that's correct so we um it's really important to us that this

be a collaborative process that um you know we will come with a proposed survey but we want to make sure that that survey is actually addressing the specific questions and needs of your community and so we want to be able to have a conversation um with you superintendent with your board members to really understand you know whether those questions are addressing the kinds of things that you want to uh to learn about so we're open to um to some changes some things we'll really encourage you to include in there but some things will be open to shifting around and adding um so that's a part all included in that and then um the interpretation of the results the analysis of the results is also included in that and so uh if we were you know

one of the things that uh us as a board has identified on our uh board uh evaluation and we had a little discussion about it tonight is uh doing uh as a board community listening sessions um now so explain that object b in there and what what that entails sure so what we generally try to do with those community listening sessions is we take the results of the the survey and then we we really kind of um uh develop a series of themes that we would then want to have discussion groups about um within those community listening sessions so um you know one um one methodology might be to share some high-level results from the survey and then encourage folks to share their perspectives um we would facilitate those so we would we would uh

moderate those and you know kind of set the ground rules to make sure that we can hear as many voices as possible um and um and you know we work together with you on on the format and what would be helpful but that is the example of the community listening session that um that we've done and depending on how um you know inactive you want it to be sometimes we also offer folks the chance to uh to share written comments um we need to talk about how we do that um in a public setting um given public meetings law but you know certainly can can talk about different ways of doing that does that answer your question yes thank you hi i also just want to add to this sessions are also a great opportunity

to uh dig deeper and get the voices that are sometimes not heard through the survey a survey while is an amazing tool and it's a enough and it gives people an option to share thoughts in a confidential way is not accessible to everyone so having that option of listening session gives you an option to go and reach out and gain deeper and broader understanding of certain groups that might not have been able to participate in the survey themselves so how do you guys uh reach the needed survey population so one thing that i don't think would be real effective here is just going from like a voter registration record we have lots of people that probably wouldn't be reached in that manner so how do we go about or how do you guys what's your

strategy for reaching you know a community as a whole where there's not necessarily an easy list or or such to to go about that yeah so um we we generally work with you as a district to to use your channels um i assume that you have you know an email list that goes out when there's an announcement from the district um that would be one channel uh if you have any social media channels we would use those um we don't we don't actually kind of gather the the emails or anything from folks we we try to use all of your channels to reach folks and then as yaya said um you know the in person is something that can you know can can give additional ways for folks who don't have access to an internet

survey um to engage with us um the other thing that i just want to mention is um you know depending on how what other groups are out there we often find that community groups that specifically engage with parents or specifically engage with other community members are a really great way to get the word out um and so we that that is kind of a part of the the collaboration with you to talk about you know what's the best way to to reach out to your community because i think you all know that best um and probably better than we do i i have a hard question michelle um there's been some people that have been opposed to having a survey and so can you tell us have you dealt with other communities and situations where

it's not everybody's all excited to go and do the survey what what it what have you found to be the results of going into a community where the community is somewhat divided on having a survey yeah i i thank you for the question um i think one of the things that i would want to understand is what's what is the reasoning behind that fear and and you know we really try to um address that through again you know doing this together the real benefit of a survey is to learn um and and when we really want to support that idea of learning um and you know ideally learning things that you don't already know there will probably be a lot of things that come out of the survey that you already know but hopefully there

are some nuggets that are things that you don't know or haven't heard before or that are new kind of insights into things that you thought you had you know good information on and so we really come at this from a learning perspective um and if there's a if there's a concern about what we might learn um talk about how how we'll deal with that and how we will how we will um you know address that this is not intended um at least from our perspective to be anything that is um uh you know scary or or um that could um you know somehow put someone in in an uncomfortable position we truly want it to be a an opportunity for growth for the district um and so that's i guess that would be my answer

in terms of if there's concern about a survey if there's opposition to a survey um where's that opposite opposition and and and what's the reason behind it and let's let's work through that together we are not here to um you know to tell you uh what you should or should not do so one of the concerns i've heard uh is forty thousand dollars is a lot of money right that's a lot of money for the district to put up um and and i don't mean this to be defensive at all to you guys but what i hear is just do a survey monkey so what sets your services apart what are you going to provide that a self-done survey monkey type survey um would not sure it's a great question and i think a an

important question to ask i think um there is um i think the key point of that is having a third party um i think whenever you have a survey that is administrator administered by the entity that is asking for the information there's always a concern about um you know confidentiality is there going to be retribution when i really you know kind of share my perspective and so as a third party i think that's why i i mentioned that up front that confidentiality is really critical to us so that that is one core reason why people come to us to do these surveys another reason is just that we've done many of them before and we can do um you know crosstabs and we can look at different cuts of the data um that we have

found to be really interesting and helpful to organizations in the past um and and you know we have that knowledge already we don't have to get up to speed on that that's something that we can do immediately um i guess the last thing i would just bring is is that we um well and i in particular have an understanding of uh being a uh school district in oregon and a lot of the challenges that you're facing um and uh you know i i think that that perspective is something that we can bring to this um that gives us the ability to really focus in on the things that matter you certainly could do an a a survey um on your own i think that the challenge might be will people really believe that that was

um you know an authentic um kind of learning opportunity for the district and will people really be honest in what they're sharing with you that answer your question yes thank you corn may i ask a question sure um um i know earlier you spoke about you know equity and things like that you know obviously here in ontario we have a lot of different languages um you know a lot of underserved populations and my question is is how do you you know sort of dig in and are able to reach those really hard to reach families right that don't often come out to some of those community forums or have the resources to to provide feedback that can that can be a big feat for sure yeah absolutely and i would say it's a feat um

in you know whether whether we are your partner or or not i think it's it's it is absolutely difficult to um to reach those families i think what we um try to do is is to really you know again push this through as many channels as possible we'd want to work with you to see if there are other ways that we can give people access um i don't know if there are any you know other kind of public library or other places where where we could post information about this so we'd want to talk about that we did speak briefly yaya and i spoke before for this call about potentially doing a a second survey in spanish and so yeah yeah do you want to share a little bit about how we've done that before

and and you know that that is certainly something that we could do within um within this budget yeah we've done uh surveys in different languages uh so we would add that we would have to translate those questions into uh and then program them into survey monkey and the way it would work is you just get an option of which language you want to select and be able to to take the survey in whatever language you want we would probably have to partner with you to get that translation i unfortunately don't speak spanish but we can figure that out and make sure that it's translated uh correctly and is in there so that people in other languages can take the survey as well we also do you know a lot of demographic questions in our survey

so that's a really great way to look at what are the differences by different demographics and that gives a really good perspective on where there might be some equity related challenges or strengths uh out there already is by seeing what different groups say about the same thing yeah i that's a really good point yeah one of the things that we've done in the past to um to address you know potentially missing out on different populations is looked at if you have a sense for your demographics within the district we can compare what we're getting back um on the survey and and take a look to see whether it feels like it's distributed appropriately and if we have a particular group that feels like it's missing that's an opportunity to really push um you know specifically

to those groups we've done that in the past for example we just did uh well just a couple months ago did a survey for a community college and found that we didn't have enough students of color who were really represented in that survey and so we reached out to some student organizations to really encourage them to uh to take the survey in order to make sure that we we got those voices included so that's one one way that we can kind of look as the survey is out to see um if the demographics are reflecting your community and i think that uh maybe blanca would you will create probably one organization that maybe there's other organizations out here that we have locally that could help help that so another concern that's been expressed is you

know we're in the middle of this small little deal called the global pandemic right now sorry i'm not downplaying him being facetious um it's a very big deal um how as you guys have done some surveys it sounds like during this time um do you feel like those surveys uh during this time have been skewed uh because of circumstances or are you seeing uh you know what you would consider ex not necessarily expected you guys don't have expected results but do you feel that the surveys are skewed or biased because they were done during the pandemic or during copen well i do want to hand that over to my colleague yaya but i will just say in general we are finding that and i think you all will um have experienced this there are certainly

higher levels of um anxiety and stress happening in our world right now and that plays out in all of the work that we do as well um and you know those those things are are things that we see in the survey that that maybe the results are just even more heightened than they would have been before where people are feeling emotions and and and feelings in a really extreme way and i think that is just a reality of of the world that we're all living through right now um but yeah yeah you you see almost all of our surveys what would you say about that i i think one of the good things is is survey engagements have definitely gone up people are online much more and are much more likely to take surveys than

in the past so that's a positive um the results are definitely can be skewed uh by what's happening out there we're living it it makes sense however depending on what we're trying to understand what we're trying to learn that we can develop the survey in a way where we can mitigate that so we've done that with other clients where we have just up front directly asked about the impacts of the pandemic asked about just brought that up front and asked about it and then followed up questions saying you know aside from this what are the other things that we need to focus on what are the other things that should be considered uh so there are ways to mitigate it it depends on on what the need is and what you're trying to get from

the survey and always something will need to work with you closely uh as we develop the survey to figure out where we want to get yeah and and i would maybe just add um that i think in a lot of our clients right now community building has been a real focus at this time and you know a survey or outreach like this is is we we like to think of it as the first step towards a a process of engagement so i would hope and and you know should you decide to to hire us um i think we would encourage you to not think of this as a kind of a one-and-done um experiment but rather how will we um use this to to kind of create an ongoing cycle of engagement or ways to

other ways to engage our community because it can be a really powerful tool of community building and to bring a community together when a community feels heard there is a kind of an experience that comes out of that which is you know that people feel closer together they feel oh there's other people who feel the same way that i do and we see that in a lot of our clients that it's actually a really pop it can create some really positive momentum for for our community is there any further questions i i would like to ask a question um about how many schools have done this type of survey that you done yeah so um you know i will say most of our um uh the majority of our our clients have been at the

community college level um and so i would say i think we have um at least 10 who've been in that category we've done this work for k-12 as well yaya has done it i have done this work so i would say probably three or four districts in the k-12 um so you know that's that that would be the the range between uh k-12 and and uh and kind of local colleges and universities so is there a negative side to a survey yes there is a negative side to it and the negative side is if you have people take a survey and then don't do anything with it it can have a very negative impact so i would really encourage you to think about you know are we truly going to listen to the survey or

are we just doing this because um you know we want people to think that we want to hear what they want to say i i you know that's kind of an honest and honest answer if if a community you know takes the time or a community member takes the time to complete the survey then um then you know whomever is administering that needs to be taking it seriously and be willing to listen to what um what comes back obviously if you have a thousand people take the survey we can't do a thousand different things so you indicated that you would group them into different categories and then the board and the superintendent would have to prioritize is that the way it's done that's right that's right no you would not you certainly are not the

purpose of the survey is not to do what each of the survey takers is asking you to do but rather to find if there are themes that uh you know a significant number of survey takers um have in common and so we're looking for those themes we're looking for those kind of patterns throughout the survey and then that becomes something that you know either there might be things that you are already aware of and that you're already working on as a district and that doesn't change anything that you're already focused on but there might be new things where you say this is something that we need to prioritize or we need to prioritize it differently than we did before the survey um and uh and you know that that kind of helps inform that prioritization

one final question i have is that does this negatively improve the district culture to have a survey does it negatively improve and does it does it cause a negative effect on district culture to have a survey um i think that um if again if if there are aspects of the survey that um that you all are not um interested in in learning about again going back to the learning theme if there are pieces of it that you're not um that are you're not open to learning about i think that could have a negative impact um i think uh you know there will always be kind of the quintessential challenges that you are all facing every day um in your work and those will be things that will also show up in a survey so i

think what we're really looking for is you know are there are there different ways people will have very different takes on on um you know some of those challenges or different ways to approach those challenges and so we're just really just looking to learn and if the district um you know if if it's found that this this is not something that is really um an authentic learning experience or we're not willing to take it seriously i think that that can be a negative impact that can have a negative impact on the culture thank you so much are there any further questions director rodriguez has a question um how much extra work will the survey add to the staff to the administration yeah i think the only um so there's there's two pieces to it first

of all the collaboration i think that we would want to do to work together with um the superintendent and others who um you know might um be involved i think that's something for you well to discuss um and that might take time that that you know could mean a couple of meetings not not a lot um and the purpose of that is that um again there's no surprises we don't want anyone to be surprised by what is in the survey or or you know any of that so that could take time the other piece that could take staff time would be as i mentioned earlier pushing out through the channels of communication that you already have um for whomever manages those communications the the emails and those types of things um you know including this

as we we will write um the the instructions and the information about the survey but including it in your newsletter or however you communicate um could you know cause kind of a some time for people to include that i think those are the two places where staff time might be involved um and then also if they're taking the survey they they might you know a couple of uh or if they're in the uh the listening experience yeah there will be some time in there and how do you develop the questions or and the goals so we have a set of questions that we have used for a number of different um stakeholder engagement uh starting on strategic planning um starting on you know different initiatives we would come to you with an initial set of

questions but i think that that session would also be an interactive one where you said there are other goals that we have that we want to achieve through this through this survey and um you know can you develop some questions around this or to help us understand this so so we both bring some questions that we have already used in past uh with with other districts and other colleges um or and we developed new questions based on the things that you're interested in thank you are there any further questions you're welcome thank you so much for being here um thank you michelle thank you thank you we we appreciate your being willing to meet with us and we'll get back with you with that i believe uh is that everything that we have on this

agenda yeah i mean we could entertain the question if there's anything more uh on the consent items or questions i think we need to move into our executive session um what is that right now yeah it is taran is there a way to get the board and rebecca into a separate room please we're going to move and put you guys into a breakout room and then um all bring in members of the present as well okay and i rebecca i don't have my notes in front of me i need to have you um tell me which rs we're under yeah so the board will go into executive session under ors one nine two six six zero two f to review confidential information 192.660 bracketed two bracketed f yes he said f as in frank yes

okay thank you so much okay so the board will move into executive session under ors 192.660 bracketed two bracketed f to consult with for legal attorney at this time just hang on one second i'm still finding everybody okay thank you yep i don't know i don't know if director draper is on there um i will do a check for he had him leave he wasn't feeling well i don't see him but i'm going to do another sweep through just in case okay no i don't see him on there um unless he's one of the iphones um director draper if you're one of the iphones just message me in the chat and i'll pop you in to the executive session but i'm going to go ahead and get that executive set session started right now and

go okay jolene you might need to accept a message on the screen if you're in there it might do a pop-up it says not joined yet [Music] karen yes can somebody go into an executive session if they're not there in person um i think they can work with the circumstances that we're in um due to covid i believe they can normally they would do um in person and then we've had people call in before typically attorneys out of state or across the state but i think they're okay i don't unless i i'm missing director draper i don't see him on here but and i'm not sure if they will come back into public session for this meeting they might just roll into the regular board meeting but i'll let you know if if jolene texts

me back she might not because she is in that meeting thank you yep okay i would entertain a motion to um finish our work on the evaluation or i think that that's probably the best use of our time that's what we're talking about we haven't we haven't decided i mean i don't think necessarily emotion i mean consensus are you guys agreeable to going back to working on the evaluation yes management the superintendent integrates principles of cultural competency and equitable practice and promotes the sense of success of every student by ensuring management of the organization operation and resources for a safe efficient and effective learning environment at this time the consensus score is a three effective and the summary of comments we have two comments both citing strengths as i superintendent has surrounded herself with highly

competent individuals who are effective at managing an organization auditing a budget has been clean and reflects an almost perfect system superintendent has led the effort to provide students with purchasing and providing chromebooks for students using creative strategies comprehensive distance learning has been offered to students along with in-person instruction superintendent has taken great care to ensure the welfare and safety of students during the candidate so the question remains if the score is three effective what kind of critical feedback can be given so that possibly a four accomplished can be obtained the next evaluation [Applause] of those performance indicators when which if any of those could be expanded upon or increased to provide some guidance my concern for myself centers around the wording in the rubrics um on the second one there where it says students and

staff can articulate expectations and are inspired to strive for excellence in conduct and performance that sounds like it would be an almost perfect ideal situation i don't know if that is i don't know if that's actually attainable to be honest um if that every student could do that there's probably some within the system at this time that could do that that's where i think that there's a little bit of between the two of the indicators and the rubrics i'm having a little bit of a struggle there it's that i'm kind of the same way your name with my struggle i'm going to a four is some of those very just destroyed but it also says that and are which would mean they do but they are inspired that they're they're doing that is there a

way to work the language in that item into some feedback or go certainly uh how about some of the effect of uh let me think through this a little bit um superintendent uh trying to think how to word it i know what you're saying i'm trying to wordsmith it here on the spot without writing [Music] um superintendent could could can could increase efforts to uh inspire positive and high expectations of uh performance and conduct good luck so superintendent uh needs to uh this isn't going to be exactly the same can you read back what you got so far no no um encouraged to uh increase expectations and strive for excellence in conduct and performance positive yeah something like that i don't know what are you guys with renee eric blanca for me the missing piece

there in in what you said is that where it says students and staff can articulate okay i'm reflecting in my head about a time that i was in a workshop and it was a superintendent that had had come into a a difficult school district and one of the things that i recalled from the workshop was that every employee in the district had as their focus what the mission of the district was from the press guards to the teachers to the administrators and and when i read that i guess that's maybe that's where i'm looking the lens i'm looking through is that is that what we have here um i don't know and maybe i need a better finding of what our staff know and what our students know can they really articulate that and maybe

that's on me that i don't know that superintendent are you looking to respond i think this is uh this has been a tricky year to do that i think that kids could what kids could um articulate right now is that my teacher cares about me my teacher cares about my safety my teacher cares um about you know um that how i'm how i'm doing my schoolwork i mean there that's that's because that's right we've prioritized prioritized safety and and this um expectation of learning it's just been different from most shares thank you thank you for your comments do we have anything that that you've written that can be a good guide or are we still kind of not there real quick because that staff can articulate expectations especially right now i can read this but

i don't know if it's really what they're looking for superintendent is encouraged to increase opportunities for school staff and students to demonstrate and strive for excellence in conduct and performance it's basically just a rewarding fact [Music] i think we can reword it but i'm like concrete like so what so do what so what you're saying is how do we know yeah how is it measured yeah and that's really the tricky part and not having a measure makes it something that's a moving target all the time i'm a new one trying to find any examples any examples but interesting this is the ones that they put together this one together with the money management the financials do you have any additional thoughts not right now so here's my question that just i had a light bulb

moment just a moment ago if superintendent is going to be evaluated next year on with the new form are these is this particular feedback applicable to her um moving forward because i guess are they going to be running parallel are they going to be contradictory it sounds like from what blanc is saying this one would just be combined with another standard basically so it would still be applicable it's just not going to be its own standalone standards is where that combination occurs is that correct was that your answer [Music] the way i was reading it was the resource management and effective management work together together in anyone under which [Music] effective so sorry can i say something while they're just looking what if we just said you know we're giving them a three on this

one and uh for reasoning or comment is the accomplished category has some very high standards in wording that the board as a whole does not feel is that that that standard is being met in an accomplished manner so i know that's not specific feedback but that's truly how we feel i mean that's how the board feels is this is being done well we're just not quite to the accomplished level um i maybe that's how we do it any thoughts and you can tell me i'm wrong it's okay i mean i think we've given anything no no i mean it's okay i think it's a high standard if you read this it's a very very high standard on what accomplished is and i'm just kind of like renee i'm just not quite there i think ryan

again where i get hung up is on the rubrics when i look at the indicators i think that i can support i could go with before but when i read the rubrics i'm i'm uncomfortable with that there so okay so do we have anything yet so if i were to put the statement the accomplished level of scoring has a very high standard to meet the superintendent is doing well in the standard however the board has placed her efforts with a consensus score of three okay so that being said um today is march 15th and we're hoping to get things wrapped up on the evaluation christie we're at a point where we're wrapped up on that i've brought all of your feedback i will rework the the emissions out and the critical feedback versus positive feedback

so that they're a little bit more understandable and those will be under each standard and i believe sheriff corn has developed a public statement for i have and i i did email um a draft of a letter out to each of you on last night based on our discussion today if you could look through this and see if you still feel like this is applicable i also uh did some i'm ending on your letter but i've printed everybody uh wonderful copy of my recommendations it's mostly um a couple you know questions um that i had as well i think any questions i kind of broke it out the same way as as we did our i used different verbiage but then we can go to what we have also in our uh evaluation i put

highlights and areas for improvement that we can do whatever and again this is just my take on this um i got the second page i eliminated a whole paragraph there because i felt like it was redundant okay with some other things i mean there's a lot of i mean i might be wrong but i think a proper noun in this so i capitalized the board you know the word board in most places and um youtube facebook and just put it just little things like that okay um one of the last things down here uh where it starts off on behalf of the osd board of directors you you had a written a it is our desire to okay but if you're speaking okay so on behalf of otherwise it's not on behalf of it is

your points well taken [Music] so on that one though um yeah that's fine on behalf of the board of directors i commend you yeah i just want to make sure that it's well we could say the osd board of directors right yeah should we do that instead of on the behalf of i changed it to the i because on behalf of so what is your preference board uh probably i think in the [Music] the osd board of directors commends you commend your fortitude rather than on behalf of i okay eric you guys good with that men's is that a plural commends with an s right okay all right it means your fortitude any anywhere i put some um any other comments need for courtesy on the stakeholders and then it says also among administrators staff

are we going to include students parents and community members all right i think they're on the next line aren't they you saying you don't want to you don't think they're applicable here i think they've been produced my recommendation is to leave it um the board has expressed a desire to reach beyond the the board the school district in the office and being um including them but i mean that's how i mean how and what about um on top of that that superintendent obviously was struggling to respond well to criticism the board and community members and has resisted seeking feedback on the greater community so it was that these were comments that were taken out of the evaluation from last week yes from and that's where the comments then she explained that she hasn't received constructive

criticism on the criticism so is this something that we want to strike from the letter and community members i'm not aware of that i prefer to keep it in the water i would too then explain to me when i want to learn when is she not to criticism or feedback [Music] i uh don't necessarily have i'm not gonna i'm not have don't have an answer that right now but on the next one where she actually just brought up is it there is a need no there is need for courtesy a need for courtesy is it a thing do you want to say anything about that last sentence no i feel pretty strongly it needs to be in there so renee how do you feel about that behind there um i want to tell you what

my experience was in writing the letter and i i hope that it will help you understand where i'm at i started working on the letter friday night after we had received the compilations from our attorney friday night i did not have the areas of improvement included in the letter and i felt very very good about the letter and i felt that superintendent abizu had a very positive review and i went ahead and sent it to our attorney and um she in her legal expertise pointed out to me that this was not completely reflective of what the board the work that the board had done and so i went back to the compilation and tried to look for information that would um give the truth speaking with one voice from the board looking for areas that

needed a little bit of work or were areas of concern for the board as i progressed in writing the letter there was a heaviness that came upon me as i had to include these into the letter i i don't know if always pointing out someone's weakness or struggles is always beneficial to to others so um you know they're they're in here as hopefully a um a true description of what what the board had spoken with on the evaluation i do believe that it's important to give the superintendent opportunity to work towards improving the relationship with the board and i i feel like that there are some areas of concern that should have been addressed last year that didn't have opportunity to be voiced so that that's what i would say but i just want to

annoy someone here knows of giving a community member that has given constructive criticism and that she's struggled with that i i can't personally answer that in the affirmative myself i can't even so does the section or other community members so maybe what we do need to do and sorry this is going to be a total revamp for areas of improvement is go to what the final evaluation is and pull it directly from the final evaluation we just went through a whole process of coming up with very specific ones this letter probably should match exactly what that is so maybe that's what we need to do for the areas of improvement is just go back and pull almost verbatim like this is a cover letter for it right and make sure that they all match up

so that we don't have things here that aren't in the actual event that is correct we just did a lot of work so let's just let's just do that and i have full confidence in your horn that you can do that and do that effectively are you okay with that okay director evans are you okay with that i'm good okay all right um it is 6 59. we need to adjourn this work session we can have five minutes and then we'll reconvene for our board meeting thank you everyone thank you you need an assistant
