So, before we get started on this, I just wanted to kind of make sure we're all together on the same page. So, we have a couple of items here with the football lights that we currently have. They are a safety risk with the football uh the poles that are there. Um, you guys have, I'm sure, have seen those. Um, we reinforced those over the past few years. and um just has some major concerns on what those are going to look like and how long those are going to be able to stay up. Also, another component of that of

003that is the lights themselves. Um they're so old that the ballasts are starting to go out on those lights. Can't replace we can't find those ballast. So, if it gets to a point where those ballast completely go out, we're not going to have lights on that field. So, um, with that being said, we have some safety concerns, but also some concerns where we've got to try to get this done in a timely manner, um, for our kiddos in our community as well. So, uh, was able to reach out to a few companies that we've talked with in the past just to get u numbers um, and I wanted to share those with you guys. Those are uploaded to the board document, but I want to spend a little bit of time going through them as

004well. So, the first one is Game Day Lighting. They are out of Kansas City, Missouri. Um, the bid is attached. So, we did go ahead and have them include a price for a 25-year standard warranty. Um, and that's reflected on their quote. They had a 10-year warranty on that and try to do our best to compare apples to apples. We tried to get it to where it was a 25 year year um warranty or what they had that would be comparable to that. So, um, that is an added expense that was not on the old one that's on this one. Um, they do have a few items that are on here. Looking through some of the fine print, they do have an 8 to 10 week lead time and if that time is shorter, they

005do have it documented that there could be an additional cost to that. Um, you know, kind of with the um immediate need for this and trying to get this done this summer, they were not able to send a representative out. That always kind of makes me a little nervous because they don't have they didn't bring somebody. They weren't able to get somebody here to actually um actually look at what we have. So, we're talking about the game day lighting uh bid that is on our board notes. Um so, just kind of moving down here. So, so they were not able to send a representative out. That always makes me just a little bit nervous just because they didn't actually were able to have somebody come out and actually step foot on what we have and, you know, look at it

007with their own set of eyes. So, um, their bid is included on here. It comes out at $231,118. Um, so I'll let you guys kind of look through that one here in a second. The second bid is a company from Austin, Texas. That's Techline Sporting, Techline Sports Lighting, sorry. Um, their price only includes a 10-year warranty. Whenever I visited with the gentleman yesterday to try to get apples to apples on what a 25-y year standard warranty or a 25-y year warranty um would look like, uh he said what they normally do is after 10 years, if you want to extend the warranty, then there's an additional cost to extend it out. So, this one does not have a 25-year warranty um for their product. They do have a 4 to 6 week delivery um and

008then 3 to four weeks for installation. And again, they weren't able to send a representative out as well, which kind of makes me just a little nervous. Um, so that one's on there for you guys to look over. And then I wanted to share Musco Lighting. Um, their bids on there as well. So, sharing a couple things. Musco Lighting, theirs is a 25-y year complete turnkey warranty. Um, whether it's workmanship, bringing cranes out, replacing light bulbs, they come out for 25 years. were in a partnership all the way through. Um they did send out one of their electricians to spend the afternoon with us to look at the scope of the project. Um they are also going to include another bracket on these poles for us just in case we want to add another lighting

009system if we get to this point where we are putting in a track and on those curves um we want some more lights. That way we don't have to put another bracket. they just have to come in and put another set of lights up there if we want once we get to that point. So, um, Musco Lighting, whenever you look around and I've reached out to other superintendent, this is the top of the line, uh, company that most school districts have had a great reput. They have a great reputation with the other school districts with with Great Ben, Hoisington, um, Dodge City. They're working on a project down in Dodge City. So, um, very reputable dealer. Their total cost quoted, um, was $231,000, and again, that's with a 25- year warranty. They did have some

010other options with that, too, that's included. They have a show light package that they give you a like an iPad. They come out and they diagram um, four or five different songs. It could be your band songs. It could be, you know, whatever it is that you want. and then they choreograph the light show for entrances and halftime shows and things like that to go with the package. Um, that is an additional $8,000. They also do have another option for putting like school colors on another light that would shine on your bleachers that would turn them a certain color. Um, when I reached out to other schools about that package, they weren't um as impressed with that package as they were the other parts of it. I guess if you were talking about additional packages,

011the one thing that that um is something to think about though with the light show side of it, it would be cool for our families, it would be cool for our community. One part of it that that when I was talking to Miss Murphy about it today is, you know, a lot of our football games start off, the lights are not even on because it's still sunny outside. So, you know, you would have the light show package for some of the other parts of it if you wanted to. Um, you know, throughout the football field, that would be more of a want rather than a need on that side of it. Um, but that is kind of their um their package that Musco Lighting has in all these companies uh think that they'd be able

012to get to it this summer. Um, just trying to make sure I'm going through my brain giving you guys all the information that I have with this. Oh, so um, Rough Neck Reinforcers have said that they would put $60,000 to it and that'll be included in the one of the next agenda items. Um they said if we did want to upgrade to the show light package, they would put another $4,000 with that to do half of the show light package with it as well. Um I would recommend from the information that's information that I've gathered on how other districts have worked with Musco Lighting and their um service department and their good reputation that they've had with the surrounding school districts districts. I would recommend moving forward with Musco lighting. Um especially with the 25-year

013complete warranty where the tech lighting is a little bit um less at $224,000. That's only going to give us a 10-year warranty rather than the 25-year warranty with Musco lighting. So um thoughts, concerns, questions? Uh yeah, go ahead. The last one said they would put the bracket in. >> The last one said Yeah. Um but on those curbs if we decide we needed one, the brackets would already be there. So to give you guys a little more information, all these companies talked about

014they would come in with four still poles. They would go approximately the 5 yard line of the football field. Okay, on the home side, they would be about 10 ft back from the track. Okay, at the 5 yard line. Okay, on the visitor side, they'd be at the 5 yard line and they would be about 5 to 7 feet back. Okay. The one concern that I have on that is just trying to work with them to make sure if we expand that track and do the track at some point that we have enough room to meet the needs that we want to do with the track when we would get there. Um so they were all able to kind of work with us on on what that would look like moving into the summer as

015well. So, um, for the show light package, do you know is that I mean change those song? Like what's the how big of a deal is it to change songs or that is that you pick four songs and that's that permanently or? >> He made it sound like they choreographed the lights with those songs. So, I I I don't know if that would be a permanent thing or if that would be a yearly change. I didn't have that conversation with them that we'd be stuck to those forever. Um I would like to think that they would give us the option every year if we wanted to do some changing to it. We could. I just thought it'd be really cool for like, you know, when we do cheerleading dances at halftime to be able to

016to have that with them and um you know, that package. But again, that would be more of a of a want for for kids than needed. 017I did want to share we talked about budgetwise at our last um board meeting. Um looking at the items on our capital outlay budget, budgeted pretty high. We're figuring $175,000 for the lights. Um, and that would not include um that wouldn't be the total cost. That would be basically us being reimbursed by Rough Neck Reinforcers for their part of it. And the other items that we've talked about um roughly we have if we include the lights in there with our transportation rotation um and everything with our modular unit and our technology. Um some other things that we've talked about as far as um lockers, security cameras for the module unit. We're looking at around $486,000 in deductions to still come out of Capital Outlay. And again, cash is really good in Capital Outlay. The budget

018is um our budget authority is the one that we're really keeping a close eye on. um unencumbered budget right now is $74,000 and a lot of the cap a lot of the modular unit items have been taken out of there except a few. So, if we incur that $490,000 in the additional cost that we have in capital outlay, that leaves our budget authority um towards the last couple of months at a little over $200,000. And that would leave our cash remaining at 709,000 with another taster tax distribution of 280,000 coming into June. So, we're still estimating going into next year the cash in our capital outlay being right around that million dollar mark. But, um, I just need to make sure you guys understand with our budget remaining, if all these things, um, come in,

019again, we overbudgeted, but if if once they come in and we're done with them, if we're at the $218,000 and we have a couple storms roll through and we have to pay the deductible for our insurance, it's going to be cutting it very close. But we also have um contingency funds that we could use to put back because those are just may that they could happen. So, and our contingency funds in a good spot. You know, hopeful hopeful that we don't have to get to that, but we do have kind of a fallback plan if if um we're not fortunate enough or fortunate enough with rain, however you want to look at it, and we get some hail and bad weather throughout the district. So, and again, not to mention the safety side of this.

020I mean, heaven forbid something happen and one of those poles fall over and hit somebody. I mean, that would be catastrophic. Um, hit a car, hit somebody, something else like that. And um I wouldn't say that that would be out of the realm for something with with for how how those polls are. >> Yeah, we've kind of been talking about this. I feel like the last couple years just that it's been, you know, on the radar, something that's going to need done and I think now is a good time to try to address it so that we could get it done over the summer before the football season next year. um especially with the rough neck reinforcers being in a position that they're able to to help with some of that funding. 021with um some of those board members, they like they do like the the show package that's just a little bit more kind of over the top kind of some of the things that you know that we're kind of trying to bring into the school and just that extra extra fun and pizzazz. So, that's not something that we're going to have an issue where it's not an issue. It's not something we're going to have to worry about.

So, they have um a quote for $15,253 to paint the mint green sophets as well as the face um to the overhangs at the high school. Um this would also include any of the pillars that need to be repainted. Um and then the yellow I don't know what you call them, the little yellow splotches decals on the high school gym to like an oiler green color or an oiler school color. Um, and then the donation of what would be $64,000 for the show light package to help replace the football field, the football field lights at Central Plains football field. Um, and then they have that they want

029to donate, and I have this on the board docket for you guys to look at, is the bid for the donation for the purchase and installation of the gym screen and then the A flower cooler. and then that attached bid is on there as well for the donation of that. Um, so I kind of wanted to break that this down into two. So those are the items that they've talked about. They're also wanting to visit a little bit more have a little more time about gym chairs and then also gym backboards. So that'll kind of be down the line. Um but we would need to make a motion to move to accept those donations from um Rough Neck Reinforcers which would be the painting, the donation for the football field lights, the gym screen and

Allison asked, but um too on the on the digital screen, we when we asked for the bids, we got two different sizes that we were considering. Um we're not doing both. It's going to be the 7 by 12 was what we decided on, but we just wanted when we asked for those bids as as a rough neck reinforcer organization. So on that bin sheet, it's not both of those screens. It's only the 7 by 12. and they said that um that's probably about 3 months out, but um we would make sure if you guys accept that or if we accept that um the same people who are going to be doing all the electrical work and the conduit and everything for the shop
