welcome USD 264 staff uh Community patrons and students parents and teachers uh this is a early update uh for our Clear Water Clarity for June 2024 but I wanted to be able to take some time uh to get this out to you to talk about uh some of our ongoing projects that we will have going at USD 264 this summer and so just again everything that we do uh especially this year is we want to start out with the why why are we doing this uh what is exactly going to be going on and how are we going to achieve this and how does it help us uh with our strategic plans so where we're going to really focus this month is some of our Capital Improvement projects uh this summer for USD 264 which
really um helps strategic plan goal number three where we're going to develop some deep relationships engagement with our students and our community and then also being able to provide consistent and relevant communication and so we really wanted to just be foresight and understanding uh why are we um taking some of these opportunities to do some Capital Improvements number one is deferred maintenance um the longer we put off some of these projects the more expensive that they're going to get the larger the projects uh the scope of the Project's going to become uh and so in analyzing kind of creating a 10year long range plan with this uh Board of Education throughout this year uh we allocated some money that we take in through the capital outlay allotment of 8 Mills uh which generates For Us
close to $1 million a little over $1 million uh per year so we're going to use that money not only for maintenance of our day-to-day operations such as making sure our HVAC systems are up fixing any leaks uh in the roast fixing concrete things along those lines we're going to be able to work on some long range uh projects that will help us get ahead of some of the maintenance that may come up so first and looking at what are we going to do here's some of the things that we're going to focus on this summer which in incorporate two fiscal year so we're wrapping up fiscal year 24 right now in June of 2024 and then we'll start f year 25 in July of 25 so some of these projects are coming out of
our fiscal budget for year 24 and some of it's coming out of fiscal year 25 um first we're going to be looking at this uh high school parking lot and the driveway uh so that parking lot and driveway is the original parking lot driveway that was with the high school and it was built in 2005 um so the driveway portion that most people drive on when they're attending events on the west side of the high school is an asphalt uh driveway uh that currently is only at 4 in thick we have our trash trucks we have buses uh we have large vehicles that are driving on that daily and it's starting to degrade um to the point where it's not going to be operatable um operable very long and so in Consulting with some local
Engineers here in town and working with different people we've decided that we're going to replace that asphalt driveway with uh 6 Ines of concrete so that's one of our first projects that's getting started out at the high school is we will remove the asphalt there on the West Side uh most people will drive on and replace it with concrete this summer and then also the main parking lot where the students park and where visitors Park and when uh patrons park for activities and events on the asphalt uh we are going to Mill and seal um the large cracks and all cracks that will be in that parking lot and then we'll do a seal coat uh to give it a new a fresh color uh process to it and then we will stripe that parking
lot uh with new parking spaces so it'll give it a fresh look look um again that parking lot has nothing's been done to that parking lot since the school was built in 2005 uh and also looking at it at SIMS at cims in the north uh parking lot kind of northeast of the intermediate Center and then straight south of the Middle School both of those parking lots are starting to show some cracks and and the cracks are getting larger so we're also going to take the opportunity why we have the company here for the high school to also do both of those parking lots uh where they will Mill out the cracks and fill them back in and then be able to provide that opportunity to seal up the parking lot at the same time
uh the next project we're going to focus on is the fencing at the stadium so when the bond issue was passed uh back in 2017 and done the construction of the at the stadium and also doing the concession stand um there was some vinyl black fence and then some black uh powdercoated chain link fence that was put up um that goes about a third of the way around the stadium so during this time uh with the deterioration of our current chain link fence where it's getting rusted out uh and not as operable as we would prefer we're going to replace that fencing with um black powder coated chain link fence so we already got that project started they're taking down the fence and they're going to come back in and um uh spray paint or
not spray paint but paint the um uh posts that are already there and ensure that they have that magnetic paint to it that will stick right to it and then we'll bring in new fencing uh and get that done the next will be there will be overspray on the track done so the track is at about six or seven years old from the last time that it was uh worked on and we're starting to see a little bit of a a degrade in the track surface and some small cracks starting to come up we do not have any foundational issues so that is a good thing so at this time we're going to be able to put um almost a half an inch overspray of new material on the track uh which will give it
a fresh bounce it will give it U the opportunity to really get um evened out and look like a brand new track and this should give us another 7 to 10 years before we may have to go back down to the foundation and replace the entire track um the next is we're going to upgrade the lighting at the stadium so we currently have the old incandescent bulbs at the stadium and the the bulbs that it takes to replace those are uh not manufactured anymore and very hard to find and we are burning through bulbs very quickly um due to the amount of electricity that those pull so in consultation we decided to move to an LED lighting at the uh Stadium and be able to provide a lower cheaper um energy cost at the same
time also having something that is easily replaceable if something does happen to them but maybe also have a longer life to them uh also in doing that we realize that our sound system at the stadium is no longer functioning at the level it needs to and so we are going to upgrade the sound system uh replace the speakers on the pole and then be able to provide a new unit inside the Press Box as well as add a fifth speaker on the back of the Press Box that will be able to be used for CrossCountry meets and um track meets in the future so we have good sound out towards the back of the stadium and then lastly one thing that we did do during the school year that we've already completed is that we
replaced um some of the old Lighting systems at the high school in the auxiliary gym the cafeteria in the main hallway uh with LED lights and so we expect to be able to see a return on those uh cost in the near future uh anywhere between 16 and 24 months we'll start recouping some of our cost out of uh replacing those with LED uh lights due to the amount of time that those lights are used and on during the day and throughout the school year those were some of our most cost prohibitive lighting options and we were able to take some time to get those uh replaced this year uh how are we going to do this we utilize our Capital outlay Mill Levy so we Mill uh we Levy eight Mills each year uh
based on the property valuations and that allows us the budget and the funding that we need to be able to do some of this deferred maintenance um we are able to develop that 10-year plan that was developed with the Board of Education this year to start looking at it we do know that we have some upcoming um larger expenses in terms of maybe rer Roofing um both our high school and our cims uh over the next few years as well as needing to start replacing some of the HVAC units um just due to the age and coming to the end of the life so we bu we budgeted to utilize the tax money so we do not have to issue a bond or take a bond issue to vote again um this way that we
can maintain our facility money that we have versus allowing the Deferred maintenance to become so overwhelming that the only way to fix it is through a bond uh issue uh so when uh back on May 1st they got started with delivering of the fencing and the lighting and they started working on uh taking the fencing down at this time the fence is down and the lighting is getting staged to be ready to be uh worked upon then starting June 10th um After High School football camp is over with they're going to start working on the track uh then in June and July uh we're going to be working on the parking lot as you could probably already tell if you drive by the high school uh they have begun working on Excavating the asphalt on
the main Drive uh we will also be uh working on the stadium sound system in June July and maybe a little bit into August just depending on working around some of the other projects uh and then of course the LED lighting at the high school is already completed and those are the main projects we're focusing in on of this year we do ask that if you are um have used the stadium uh walking on the track or utilizing in the football field uh for different activities that if you see that there is uh things taped off roped off especially when we're doing the track uh so please stay off the track during that time uh when the track is being sprayed and then when it is being painted we'll have about a two week time
where we need to stay off of the track so we just ask all of our patrons and community members to just uh pay attention to the signs and the uh cones at all of our locations this summer to just help us uh with these capital projects so when we get back in the swing of things in August that everything is ready to go in and U we're ready to get going so this is all a part of being the one and finishing up this first year so we were really excited about the activities that we had this year the success that we had academically athletically and also in our Career Tech edor uh and it wasn't um a simple task it was a task that was taken on by all of our staff members and
taken on by all of our students because they wanted to know that they could be the one for someone else and we saw a lot of great success by following that so we appreciate the support from the community and the patrons in helping us achieve some of those goals this year so again uh always up for any uh Communications or information that you may want to seek out about some of this again I just want to reiterate as we have some construction projects going on this summer if you guys could just please help us um avoid those areas when they are taped off or ConEd off that will just help our projects uh be completed in a timely manner thank you and have a great Jun
