Hi, I'm Brad Sarin, superintendent of the Sun Prairie Area School District. Here uh with Matt Clark, the director of business and finance, presenting operational expectation 5, financial planning. We are submitting this to the board of education as in compliance. There are 18 uh total areas and we are submitting artifacts of compliance in all 18 measures. And from here to cover the details, I'm going to turn it over to Matt Clark. Matt, >> thanks Brad. Um thanks for the introduction. Yes. So um there's a lot of information included in um this measure of operational expectation 5 linked here um in this slideshow. There's a lot of um detailed information in the monitoring report um which as I just mentioned is linked in this slide but also in the situation report. So I invite anyone who's interested
to look out um to get more information on this OE5. I'm going to keep things high level. Um, as Brad alluded to, for operational expectation five, the district is in full compliance with all 18 operational expectations set by the school board, we achieved 100% compliance, meaning that every single measure fully meets the board's expectation, which is great news. Um, this level of compliance really reflects strong collaboration between business services leadership collaborative as well as the school board. Everyone's involvement throughout the year keeps our processes aligned and transparent. So that's very important. Um, additionally, most of the OE5 measures have or I should say all of the OE5 measures have supporting documentation, but those documents that you'll see noted in the monitoring report really come from the um budget reports that we've been presenting throughout the
budget cycle as well as um different attachments from the annual meeting booklet. We also have our official adopted 2526 budget um which will be linked in a lot of those operational expectations. These documents really reinforce the accuracy behind all of our work and the openness of our financial processes. I also just want to take a quick moment to thank our entire business office team. Um even though I'm the one presenting this, it's truly a team effort. um their accuracy, efficiency, and commitment to doing things the right way are what make strong financial planning possible. From payroll to accounts payable to our accounting department, um it really is a team effort. So, I'm grateful for all of their work. Looking ahead, um the business office remains committed to continuous professional development and continuous improvement um especially
in areas that strengthen our financial planning operational processes and our just overall efficiency. So we have some key goals in 2526. Um one being very operational um Phil had mentioned this goal in a prior year moving to a fully paperless check preparation process. Um last year we got to about 60% paperless with our check preps. Um and in 2526 our goal is to reach 100%. Um which will increase our efficiency and make it easier not only for our business office but for the staff at the schools who make the purchasing. Um second, the district administration and schoolboard members will work together to interpret the revised OE5 policy um which will help guide us and how we monitor the 2526 fiscal year and the budgets ahead. Lastly, um we're focused on a future focused financial planning.
um will be it'll be very important for us to be able to look ahead as we budget each year to help us conserve funds and delay the need for another operational referendum. Um it's a very tough environment right now financially for districts across the state given the lack of state funding. Um not only not keeping up with inflation but with the banium budget 0% increase over the next two years. So having that future focused financial planning approach to everything that we do will be key moving forward. So I know Brad and I thank you the school board for your constant support and for listening in to operational expectation 5. Thank you. [music]
