is welcome to speak limited to three minutes per speaker topic should not cover per private confidential or personal information the board will not respond or enter into a dialogue on topics discussed at this time you may indicate your desire to participate in community comments by raising your hand using the controls in the zoom application or browser when it is your turn a moderator will identify you by name and grant you access to speak no one has raised their hands so we will move on uh dr cuneo would you like to provide us with an update on the admissions so we just did our lottery last week um we used scribbles platform which is the second year we used it and have really well um we had a lot of people actually on signed into the
zoom for it there is a weird glitch well it's not a glitch but there is no reason to sign in because you actually can't see the results live because scribbles verifies them before they publish them so we communicated that to the people online and we went through and they could see how many applicants and everything but later that day the results were published and people were offered seats so um our total number of applicants this year was 259 with um 158 in kindergarten 10 and first 15 and second 21 and third um 23 and 4 10 and fifth 14 and 6 7 and 7 and 2 and 8 and we had a few renewal applications and all those great levels too but um we had what does that mean what's been so there's two ways
they renew one is they got a fee last year and they didn't want to accept it they deferred it they would go on to the waiting list for the following year and then the second is if they're returning student we have a few returning students um that don't have to do it the full re-application they just have to submit that they're interested in coming back so we had a few um and specifically eighth grade so um our let's see total let me just double check because this isn't added together um right now we have 187 kids on the waiting list and 48 seats were granted from the lottery um so we go back to our applicants again maybe someone could quickly do the math of which so we had 259 total applicants and then 159
was kindergarten and 100 kindergarten was 158 58 okay i have the number so if i got them right i'll i'll confirm in a second so 259 total applicants and then i have 158 10 15 21 23 10 14 7 2 260. so i need to commute the kindergarten work separate from that 240 kindergarten were a part of the total yeah so 235 where they're qualified oh hold on 259 is the total number of applicants how many qualify is that right 235 i think that's 235. definitely right now doesn't take those numbers okay okay but it was just one off between the total at 359 and then what i just did so i could have gotten the number wrong okay no i think i did the numbers the number of qualified two total is so how
many did you say on the waiting list today across all grades for our new year which starts the new leading list for 26 27 is 187 applicants on the waiting list applicants on the waiting list. And we filled eight. And did we fill 48 positions across K through 8? Yes, we filled 48. I don't know. Making too high or too low? I think, I don't think they're combined numbers. I think the 48 available seats are taken out of the 187 I think it looked a little bit here. It should be, let me just do 187. I think it's 139 on the waiting list and 48 seats were taken out. So, we have not done the effective returns to our current families. So, we will do that in April to find out, you know, if there's
any other seats available that we know of before the end of the year. And we'll offer those to families. So, the families we offered seats to still have this week to actually respond. They have 10 days. So, we're still waiting for some responses. But, we went well. I don't know. Any questions? How, so, one hundred I don't think we've had a comparison since the last year. Yes, 139 waiting lists. How many are on the kindergarten waiting list? Because that's usually a good barometer for us. It's lower than I expected. It's 13. So, it's not quite a full class of people. Which, for my recollection, it is recommended we have at least a full class on the waiting list at certain grade levels. For the school. So. Okay. And you said that it was approximately 50%
of the applicants ended up being qualified applicants, meaning they met the requirements for admission? So, that's why for kindergarten the number is high. But these are not qualified. These are total numbers probably. Because 158 is what I have for the kindergarten. Yeah. The number of kindergarten applicants is what the original number is very high. 158. Yeah. And I think that that's what it is. It's the number itself was high. But that part wasn't surprising. It's just the numbers that actually qualify. Okay. So, I guess what we'll do is review versus last year. And then perhaps in governance or in other committees as appropriate, review our process and maybe expand our word of mouth and marketing kind of campaigns. And I'm wondering too if, again, we have some work to do. But we have worked and
will continue to work to increase awareness in the community in general and work to be seen as that authority for gifted education with the conference, for example. But maybe if we can find an opportunity to do that for the younger levels. Because maybe some parents don't even know how to recognize a gifted child. Depending on the environment they're in, they're just too much versus recognizing that they just need more or a different shaded learning environment. So, perhaps that could be some brainstorming to focus on the appearance in the community. Absolutely. There's been some outreach and fast to preschools and different younger teachers who teach younger kids families for younger kids. Any other questions on the admissions process? All right. Thank you, Dr. Cunha. Dani, do you want to give an update for governance? Sure. So,
the governance committee actually met for a workshop to prepare the draft strategic five-year plan, which you may have already received a copy of the draft. So, please feel free to review at your leisure. We're going to be working on finalizing it and getting it up. Probably shared across the town hall coming up. So, that was a big hallmark of our discussion. We did set up our town hall time. So, that's April 22nd, which has already been communicated in the Eagle Nest. We'll probably want to solicit any ideas to how to bring parents to the school, whether that is, you know, keeping the time maybe later in the afternoon or not so late in the afternoon. What would that look like? If any changes there, we're open to suggestions. We talked about updates in new staff,
staff-based planning, performance plan, and like, and slate planning. We would be going over in close to discuss various personal matters. We continue the board recruiting process. We really wanted to get 10. And I think for the most part, that's pretty much a lot going on and we're excited to have shared a first pass of the strategic planning. I have a couple questions. The email invite you sent was for the town hall April 15th, but it's really April 22nd? Well, it looks like I did it all wrong because I also put the time wrong. Oh, really? So, I completely missed the mark on sending that, but April 22nd. Okay, that's fine. So, I would be changing that. I was being adventurous on board and track. But thanks for flagging again. I didn't mean to call you
out. I completely did it wrong. It's completely fine. And then for the strategic plan, is that something we vote on? That's a great question. I don't, that's a great question. I think the purpose here is just updating you all and give you the benefit of like, hey, this is what we're thinking of. We're open to suggestions. But I don't think this is a votes discussion, right? No, not today. Not today. But I'm saying like. I don't think so. I don't think, I'm not aware that we voted on it in the past, but I think we've at least kind of circulated that around. And give various, a preview to various stakeholders. I would think it's something we vote on because you're setting the plan for five years of the school. I would think we would want
to show United front. Sure. We'll investigate whether it's something that's voted on. We'll have to look at. Yeah, I think we'll have to look at it now. We don't have to answer it now. Just something to consider. That's all. I think the goal will be at least to provide whatever it is in terms of what board action is necessary or not. Like share that to the, in the town hall and some capacity. And for the board, do you want us to put comments in the document? Is that the? Yeah, yeah. You can make, use the comment feature from. Yeah, I think it's in the draft. From the Google Docs. From the Google Docs. Thank you. Yeah, thanks. For the town hall, do we have, do we have an agenda of what topics are going to
be discussed? Yes, we have some draft agenda topics and we will share that with the board. Did you consider something on finance or foundation? Yes. Yes, foundation for sure and impacts of the annual giving campaign and how that impacts our finances is definitely a topic for conversation. Yeah, because I think in the past, like we've done like whatever hot topics at the moment. But I feel like this is an opportunity to give an overview of like everything at the school since parents, we have very little attendance in these meetings. So we can also share like what are the school expenses, where the school, you know, like where money comes from, what's, you know, those kind of high level topics and definitely the foundation like, you know, whether, wherever we are at that point in terms
of meeting our goal and make it also like some sort of call or action participation. Yeah, so we'll send around kind of a rough plan of talking points for the town hall to the board for and can get your general feedback. And then we'll include it, I'd like to include it in the Eagles Nest because that can help draw participation. So we'll be sending that shortly. I'm going to attach your details so people can ask questions. Yeah, that's a good point. And we can make sure that's set up as well. Those are really great points because if we're talking about like how do we get people to, if not come in, dial in, I think giving them you know, solicit what they want to, what they want to learn from the meeting or what we're
thinking of discussing may bring more interest. Good point. Thanks for bringing that up. We'll make sure to set up the Google form for questions ahead of time. If there's nothing else for governance, I'll pass along to policy. Thanks. On moving on the policy committee, Malik and I are going to move back and forth here. But first, a lot of the discussion centered this last meeting on AI policy. So we had a good discussion around sorry, my back of what that could look like. And we circulated at first draft of a very basic framework that we're referring to the educational excellence for review. And of course, setting up with the Port Miscunio, getting the staff involved in that document. We continue to work on others and I'll turn it over to Malik. So we, of course,
our next meeting is tomorrow the 24th at 8 15 a.m. And we're just noting new potential policy needs. The credit by demonstrating mastery is one. And we're revisiting the instructional time definitions are upcoming policies. We're noting them at today's meeting because it is likely that we'll need to vote on those items at the April board meeting. I'm sorry, can you describe what this credit of demonstrating mastery means? So there's the what's attached to the agenda is the CMF Q&A regarding this so that you can see what this idea is. And in essence, it's the idea that you get credit not by taking a course, but by testing out of it. And then in addition to a test, you have to there's an assignment that is graded by the particular teacher who administers that particular course.
And so there's a process the CMS goes by. And there's the likelihood that we would do something similar for next year. The reason that I mentioned that we need we would likely need to vote on that in April is because generally the student wants to get out of the course for the following year. So you need to give students what the criteria would be and how they can go about demonstrating their mastery so that they can obtain the credit. Got it. So for example, if a student wants credit for a particular math session or language session, they test and project demonstrate. It's a two-part process, yeah. And that's what we're going to be drafting a policy on how to administer that. We'll be discussing how we could do that and if we should do that
here. And there's some faculty members who have made some recommendations on how to go about doing that. Got it. It's not obligatory. We don't have to have that or offer that. Well, I'm answering this question based on generally if TMS is doing something and that there are North Carolina state guidelines about how to do this, then we generally will do it as well. So that's why we place that information in the agenda for review. We have not done it yet to my understanding. Well, you can. I explored that last year, but it was a question, could we do that? And because that particular course does not have an end of course exam, it was possible, but it would be some support. But more. So on your own over the summer to then determine if that
would work. It didn't seem like a very formal process. So I think creating the framework will benefit everybody. I mean, I certainly knew this kind of process for high school. So it's interesting to know that these courses are high school courses. Right. Yeah. As it seems that things were written and so were there opportunities, but it was probably most likely a little bit. I don't know if it was more high school level classes, but we had interested students in some. And then when we get students who transfer in middle school and may not have had opportunities at their other school level courses, but already this gives them the opportunity to jump into our different programs. So just like you said, creating a better framework so we have some standardization to it so that people know
how to do it. So it's just like we said, creating a better framework so we have some standardization to it. How it works and what's successful for them. Okay, great. So that's what's going on at policy front. Any other questions? All right. Liliana, do you want to talk about the Finance Committee? Sure. So we are on the budget. Do you mind if I'm facing? Should I stand there? No, it's all right. Okay. So for the budget, we have our financial statements and budget versus actuals report attached in here. I'm not going to necessarily go over it, but I'll let you know the amendments that were done last month came in as expected, and there's nothing significant on here that we need to discuss this time around. Everything's looking as expected. So we do have two
other items that we are seeking a vote or approval for. So one is the bear on contract. They are our accounting firm, our third-party accounting firm, and we had originally negotiated a very low rate with them last year or this year based on the fact that we were for the first time using them, and it was sort of a triad. So we're going to have to wait and see what happens. So we're going to have to wait and see what happens. So we've had discussions with them and some review of their rates and comparatives with other schools where other schools are paying, and our rate is very low for them. So they are proposing an increase over the next two years. So it's a step-up increase, and they provided us with a rate increase request
letter and the remaining of the contract. So we're going to have to wait and see what happens. So we're going to have to will remain the same. The only thing that would change would be that that price, that cost that we would pay for the next three years. We had a pending question. I'm not sure, Ms. Cuno, if you were able to address that on the year after the next two years, if we were able to negotiate that fixed rate. I did not get that answer. I do not know. You mean for 27, 28 years? Yeah. I don't have what that is. When I talked with them, Barron, Nike specifically, he said after the two-year step-up, it would be typical inflation increases. So it wouldn't be, that's what, it was a verbal discussion. It wasn't
anything writing, so. Yeah. That's what we understood it to be after, after 27, 28. Right. So what we're, I think what you're asking is, what is the cost of the next three years? I don't know. I don't know. I don't know. I don't know. I don't know. I don't know. I don't know. But I do think what we're asking the finance committee, the finance committee is then asking for the board to approve the contract as, as proposed, understanding that we are trying to negotiate a fixed rate, escalator beyond the two-year process, so that the school can properly budget going forward. So it's not a commitment to stay with this company for X number of years, it's not an all-out, you know, in-person, you know, program. So I'm not gonna tell you anything about it. And
I'll be able to answer any questions that you may have for you. And that's what I'm interested to hear about. But I couldn't do that. Can I know you anything about you? I'm not that good at management, and you can only provide information from the this company for X number of years. It's just if we stay with them that the rate can't exceed. More predictable. Yeah, it's a predictable rate increase. So it doesn't feel like that we can account for and budget for each year for the next year. Do we have a current written contract with Bierman? And there wasn't one attached. So was there a new contract? On the letter, they refer to the existing contract. Okay. They have a letter. I can spend all of it. Yeah, it's a letter. A rate increase
letter? Yeah. Yeah. I'm wondering if there's an actual written contract for next year? No, for other than the rate increase. It says the very last statement. It says in our engagement letter dated March 11. Yeah. Yeah. Mm-hmm. Yeah, the only thing that's changing is the rate. So you're saying the initial contract is what you're looking for? I'm just trying to take a look at that engagement. Yeah, we can give that to you, I'm sure. I don't need it right now. It's offline. Yeah. Would that impact your vote? I'd like to see what it says about rate increases. Oh, we've reviewed that. Oh, you've reviewed. Oh, okay. All right then. As long as someone has done that. Okay. And then the next item for vote, Liliana? Yeah. So the next item is... Okay. Okay. So the
next item is the insurance renewal. And so this is typically once a year, we go through all of our different coverages. This is all the property casualty coverages. And yeah, so this is like the summary of all the policies and what we were paying last year versus what we're paying now. The most significant differences are on commercial general liability and the business automobile. So the business auto went down because we removed two of the buses. And the commercial general liability, I don't have any specifics about why that went up other than normal course of business insurance usually goes up. And I do have a pending question on this with the student accident. I reached out to Heather about it. Is this one I do not recall seeing here last year? And I'm not sure what
it's covering and it's not on the documents that they shared with us. So she's going back to our broker to let us know on that. We can only speculate what this is, but I don't know. Could you also look into... Yeah. So if I remember correctly, I think this would cover like if a student got... injured on the playground or something like that, because I know that's been an incident in the past. A student accident? Is that what you're saying? Yeah, that's my understanding. But... That list was put on Friday because our representative was here and he was saying a lot of schools are going away from this because it's under the umbrella insurance. So it may not be necessary to carry that separately. That's what Heather was saying. Yeah. Okay. So that makes sense
as to why we didn't see it before. And like maybe he's trying to... I mean, the bottom line is that it's not on our policy statement that he sent. Like there's no... Every other insurance coverage has its own explanation of what covers and what doesn't. And this is not included in that package. If you keep going, page 18 on this document that you're in now. It's for accidental death and dismemberment. And accident medical is what it says. Okay. So this is the patient they are referring to? That's the accident because I confirmed based on the annual premium when you're on that main page. Okay. So that's what it is. So compare that to what's in the umbrella. 237 lines up with that. Okay. But to Jeff's point, it's probably covered under commercial or under the
commercial policy anyways. Okay. So there's a lot of... Yeah. So just check the levels, the limits, or similar coverage. Yeah. The same umbrella coverage above and beyond that. Okay. Thank you for looking at that. Like I was looking for something student accident. I also saw that there's... If there's a driver schedule on the proposal, do we still need that? We still have one bus. Oh, you mean the names of the people? Yeah. And we still have the other bus. Okay. We still have the other smaller buses. But the names of the people, I think Ms. Hansen is looking to get that updated. Oh, okay. Yeah. We asked about that too. Make sure that that's... So I didn't see the ocean cargo and inland marine in the document. What is that premiums summary or policy for?
Do you know? We asked about that last year. Yeah, we did. And I can't remember. All right. So... I guess the question is, are we comfortable voting... We'll make a vote for this policy up to the premium limit. And unless people don't want to, we can potentially vote to exclude the additional student coverage on student accident. I'm looking to see. Okay. Let me look to see, trying to see if we can find the commercial limits to see if it says it. When did this need to be voted on? It expires... April? April. So we need to vote now. So what was our question on the ocean cargo? If do we need it or not is the question? Well, that's one thing, but that's less of a concern than the student accident. Yeah. I'm looking at
the commercial now to see if I can figure out... Okay. So the ocean cargo is, it covers the goods that are transported by sea and land. So like items in transit, properties located away from primary business premises. Oh, so if like laptops were being shipped to the school and we lost it or something. I think so. Yeah. Okay. Like making something, property on the bus. I'm really not sure. But I do remember the episode. I talked about it last year. Okay. Can we postpone the vote on this until after closing as a contract anyway? Sure. We can postpone the vote on this until after closing. Then we could probably just vote on the Beerman contract at the same time. Okay. Any questions for finance at the moment? Thank you. Thank you, Liliana. Thank you also.
Chair Xu Wei, do you want to talk about the FAST Committee real quick? Yeah, sure. Good evening, everyone. For the updates from FAST Committee, the city has confirmed they will be installing a school zone sign on 17 7 center Drive within the next couple of months. And they also plan to lower the speed limit on that street. And next, regarding the school building system. We recently received the codes for the HVAC units. So both units will need a full replacement in roughly four to five years. So the current plan is to coordinate this project with the re-roofing of the building at the same time. And for the water heater, so we have one water heater had to be repaired and we all needed to replace or repair the other water heaters. Last, the admin team
is working on a new custodial structure for the upcoming school years, because we had a lot of inconsistency with the cleaning companies. Our next meeting will be Thursday, April 2nd, right after morning drop off. Yeah, that's all. Yeah, so I'll add a couple of things. I'm sharing the screen to the community that I'm sharing the screen with you. I'm sharing to the board here, which shows the location for the signage that will be added by the city. They're dropping. We confirmed the speed limit drop will be to 25 miles per hour on the whole road. Right now, there is no signage on the speed limit for this road. And based off of state law, that means the speed limit is 35. So that'll be reducing the speed limit to 25. For what the city told
us, for the whole road. And I think that'll be a good thing for at least our school. And then here are the kind of locations for the signs. And they even have a little mock-up of what the signs will look like here. Any questions for... I'm excited about this. Yes, I think it's going to be... Yeah. Yeah. Yeah. Yeah. Yeah. Yeah. Yeah. I was just about to say, perfect topic for the town hall, showing this visual, again, reinforcement to the community on our commitment to improve our existing location and setup. I'm very excited about that. This is great news. Is there any pending on the fencing? Like, is there any work pending on the fencing? The fencing is all done. Okay. And so does this include new signage? Are we talking about new signage? This
is signage relating to being that it's a school zone. But no signage for us. Like, there's no sign for the school, like, in front of, like, that. No. That's weird. Okay. So there's no additional cost to the school. No, this is zero cost. This is the city just. City putting this. Yep. Yep. Did we bring it to their attention? We did. Good job. Good job. Yeah. Yeah. So I'd like to thank Allison and Shu Wei for. Their work on. You know, getting this to happen. Concept to proof. Yeah. The instigation for this was. Frankly, the. The fact that. We. We didn't end. Our road here. Where the. The main entrance is was no longer a dead end. Dead end. With through traffic. We've seen a lot of. Faster moving cars and all that. So in
the past, we didn't really need. You know, to be marked as a school zone, because no one really came down these roads and if they did, they were pulling into. A parking line moving quite slow, but now that they're moving. Through this road with some speed, there's definitely been a few close calls at. As cars take this left turn onto some new center drive from our driveway. So, very happy that this has been. Able to happen and. Maybe the first time on record. People. Have seen. Are excited about. A school zone. Any other questions. Relating to. The fast committee. I would like to just make another point of attention for. Foundation annual giving purposes is that the part of the. Fundraising or the school is to help facilitate. Our assets. It. of the facility because
the state does not give us money for the building or the things that help the building work like HVAC and water heaters. Water heaters are relatively cheap, it's still an expense that the school did not plan on. And the HVAC system will be multiple hundreds of thousands of dollars to replace. And it's something that we need money to do. So, you know, a plug for the annual giving campaign is that this helps to make sure that we have a usable building in the future. Any questions? Thank you. Thank you, Shu-Wei. Thank you, Aaron K. Malik, educational excellence. The next meeting will be April 14th, 8.15 a.m. And we are, I will be continuing to discuss the strategic plan preparation and the AI policy implementation. That's all for educational excellence. Thank you. Kim, update for DEI.
So DEI continues to continue to export funding for resources for economically disadvantaged students. The required McKinney-Vento training have been completed by the school counselor. We are continuing to discuss marketing and advertising initiatives for the upcoming school year. And our next meeting will be after drop off on May 6th. Great. If you want to add anything from the economics of Currently doing marketing advertising. No, there's nobody. Yeah, so that might be part of the reason why our admission numbers are a little lower. Right. Because it's been 100% word of mouth. And in the past, we've done some campaigns. So that's what DEI committee is kind of looking forward to improving on and then part of the information that Dr. Cuneo admissions process was to feed into that process as well but we started discussing it in
the last meeting any other questions just for my own like uh education what what would be the mckinney venta training is that i require training it is so it relates to students who may be housed or homeless and that's basically saying they don't lose their spot in school that they go to so if they have to relocate to a location that's not zoned for specific schools they still have to keep their placement thank you and fyi there is a um poster that's out front that talks about it yeah isn't it no she was left behind no no okay that's the fat thing oh yeah yeah but there's more too we can use into that some of the main components of it and i know it's because we did a project related to that not for
a school but it's other support it's how you can provide a resource it might be hygiene kits it might be they do promotions and this is broadly so not specific to our school but it might be providing resources so that prom as an example they have community um volunteers to help prepare the students so they still have to the extent possible a more normal school experience so it's don't think of it just as a scholar's initiative it truly is a broader program that will look different within each school system based on the resources available any other questions um lilliana can you give us an update for a foundation yeah so um for the foundation since last month we've been working with a lot of different schools and we've been We received about 20,000 more in
donations, but that's still only about 25% of our goal. I can give you exact numbers. Give me a second. Family participation did go up to 45%. I think we were at 35% last month. And we are in the process of making phone calls. So, it's a phone call outreach to all the families that have pledged. We haven't had, like, all the success we wanted to with the ambassadors, like, not all participating, but some of you guys are stepping in to help out. Trustees are stepping in to help out to do the phone call outreach. And we We do have now a new foundation manager, and it's Kylie Cirillo, and she started today.
