we welcome everybody uh to this sequoian high school district um board of trustees uh and this is uh quite a special event this is the first study session of of this nature that we have run in the hybrid era of board meetings where we are here in person and also broadcasting out to zoom and there will be some challenges in this the structure of this meeting is that each of our small four small schools will be making presentations to the board all of which will be shared with the zoom audience as one group at a time is speaking but after that round of presentations uh the board members will be pairing up and going into a rotation around to the different tables around our room to have parallel conversations with our small school teams during

that period of time the camera will be rotated and no longer facing the dyess here but will be facing out to give the zoom audience a view of the four different tables for the small schools however during that period of time there will be four parallel conversations going on at those four tables where the conversations will be at a lower volume level so we can each hear ourselves think and the zoom technology as we understand it and have it implemented today is not going to be able to separately capture four different audio streams and provide access to that to an audience so during that extended portion of the agenda anybody in the zoom audience will have the opportunity to see our board going around to the different small schools and see that conversations are going

on but unfortunately we don't have a way at this point of sharing that audio effectively and distinctly and this is all basically part of our ongoing learning process of how to do these things in this new hybrid manner where there are two completely different audiences and two diff uh completely different types of interaction going on um so uh hopefully uh those in the zoom audience will be able to follow and appreciate the presentations and follow and appreciate the concluding conversation after the round-robin rotation but just accept the visual evidence that we are indeed going out and having those more direct conversations during that round-robin and we will continue to learn and improve our practice uh in ways that uh not only carry forward the business of the board and the district but also engage our

public not only here in the board room uh but uh over zoom uh to the greatest extent possible um with that uh we do have a period set aside now uh for any uh public comment from either members of the audience in the room of which we don't have very much currently or members of the audience on zoom who would like to raise their electronic hands in order to make a public comment and we will uh ask the board secretary ms louise to monitor uh the zoom and let us know if there are any attendees requesting to address the board there are none at this time okay [Music] with with that uh we have had our our explanation um and uh let's have a roll call please trustee thompson here trustee stevenson here trustee again

here vice president dubois here president starver here a quorum is present thank you um and this moves us on to approval of the agenda for the evening does anybody have a change to uh recommend or a motion for approval seeing no change to recommend recommended changes i move to approve second all those in favor aye the agenda is approved um so i will go now that we're at item number five to make another call for public comment uh are there any members of if there are any members of the public present in the room who would like to make a public comment on items not on the agenda please submit a speaker card to miss louise and if there are any members of the audience on zoom who would like to make a public comment

on items not on the agenda please raise your zoom hand at this time and we grant speakers three minutes a piece unless there is a large number that requires us to adjust there are no hands at this time no hands have been raised and no cards received so we move on to our information item of the presentation on the small schools thank you president sarver it is indeed a pleasure to have this opportunity to share the wonderful advancements that we are making in providing pathways for our students through our small school programs to start and just to give us an overview i'd like to have ms kimmel kennel come forward who is our executive director of small schools good afternoon williams and board of trustees i think we're really excited for you this afternoon to

learn about and hear a lot about uh the district's small school programs um so we have east palo alto academy sequoia adult school redwood high school and tide academy as you know i've been acting as the tide academy principal so that's probably been 97.5 percent of the the job which uh i'm very thrilled to share with you about today but i'm also really thrilled to let you know that um you have amazing leaders at each of the small schools and at our sequoia adult school and some of the common highlights i'd like to focus on for all of us today are the unique programs each school offers the career technical education pathways available to students the opportunity to learn in smaller communities which i think has proven really valuable returning from this year of distance

learning the support for college and career readiness resources for students social emotional well-being and voice engaging our parent and caregiver community and i think all of us to many degrees leverage partnerships with community-based organizations so those are some really common themes and threads for us all to support the unique programs offered at the small schools and as you know this is in line with our goal the district's goal that we provide well-defined alternative programs and give families parents options right students options for other than attending a large traditional campus and this also aligns with parent involvement because we are offering more diverse options for our students so this is directly in line with the lcap goal for the small schools and alternative programs so having said that i think one guiding question we really need

to think about as we learn about the small schools and you hear about the amazing programs happening at each is what are what's our vision and what are our priorities for the small school portfolio portfolio for the sequoia union high school district and how do we want to communicate that um and support the schools um in communicating that to all of our stakeholders so i i leave you and introduce the presentation just as if i was in a lesson giving students a guiding question to ponder and so something we can all think about as you uh hear about our schools today so that is my brief introduction because i don't want to give too much away for what you're going to hear coming up in the presentations thank you and just wanted to reiterate that

this is an opportunity for each of our small school programs to go in depth about their offerings their milestones uh some of the opportunities that they've had to grow and then also uh resource requests as well in order to enhance program our primary goal is to also share with you enrollment trends also on our partnership and how we've leveraged the partnerships as ms kennel underscore and we want to start the presentation with an overview of our newest small community which is tied and so after the presentation with tied we will commence to uh our rotations and we will have small group presentations uh from each of our schools and then you'll have an opportunity to reconvene and to ask questions so you'll ask questions during the presentations as they arise and then once again as

we reconvene you'll have another opportunity to pose questions this is designed today as a true study session where it's very intimate we're going to present the data and the information about each school just to enhance your understanding about our programs here in sequoia union high school district so miss kennel and i will start with tag can i answer the question before i have a just a two are called academies and two are called schools can you maybe just explain if that's just a name or if that means something i think that's a good question for us to consider when we think about our guiding question and i think that that was probably how the school names were initiated when they came into being right so i know for tide academy there was a long visioning

process as to what the school what it would be called and i'm sure way before that for east palo alto academy and then we have sequoia adult school and redwood high school right that had that had names so that might be something we think about in in the visioning for our for our schools if anyone else would like to shed light but i know there's much rich history around the name of the school and how they came to be because typically there's a lot of stakeholder input especially i guess i'll use tide as an example right you want to hear from people and what makes sense to call to call a school a specific name so we'll i think i would also you know as having been part of the the tide um cycle um

and i think reflecting back on uh east palo alto academy as well i think both of those institutions were born in the vision of a small alternative program and and so a little bit of the distinction between the school and something else was kind of in the air as they were each being envisioned certainly redwood came into existence as the continuation school for the district and and there was a a role well defined that included the term school the adult school likewise is a large um special purpose for adults but it is a school within the school district so in both of the namings for the smaller um institutions we had the opportunity to kind of think about how to name it and and stanford was a big driver in in you know establishing epaa

as well so i'm i'm not sure exactly how much they had invested in the term academy i think for tide it rolled well off the tongue and the the branding was looking for something to to make a bit of a a splash in the community as as one of many things and a recognition that as a smaller special purpose institution it was different from another one of the large comprehensive high schools in the district so i i don't think there was intent there of saying oh an academy operates in these particular set of guidelines or this this operating way that is fundamentally and definitionally different from other schools in the district so as dr williams said you're going to hear from each of us about teaching and learning our milestones student outcomes with some data

and support that we need um at our district small schools and then i was trying to come up with an analogy for the small schools now having clearly had that large comprehensive experience and being immersed in the small school community at tide and thinking of a analogy and i think i think of like construction and how it's rolled out with bonds over the years you have kind of the classroom that were there and established and then you have the new construction right and so i think when we think about our small schools right we have expanded the portfolio of offerings right with the four of us represented here today um and so again begs that guiding question right we're kind of now we have this what do what's our vision what do we want that

to look like how do we want to communicate it um so i'm happy to kick this presentation off with for tide and i'm going to invite my amazing partner tina smith to join me uh who is our vice principal and then uh if we could get the presentation uh displayed that would be great and then the link to the tied presentation is on slide 17 in the title so slide 17 if we click on the title that'll be the tide academy presentation uh slide 17 just the title as the tide academy presentation okay uh yep and then the link at the top would be the presentation for tide excellent thank you and a slide the second slide would be great to start with okay so tied we are a small public high school offering a

steam focused program with career technical education pathways and enrollment dual enrollment with foothill college wasc is one of our action items each year since the school started we've had a substantive visit we had our visit in october for the junior class and i included a comment from nancy brannell the senior director of wasc who came back with great things are happening at your school you are all learning a lot together and then we will have ourselves study next spring sorry spring 2023 it it'll either be the first or second week in march um so that's already on the books for tide to have that four year accreditation once we will now have four full classes at tide we will also have a substantive visit for this senior class in uh next fall so every time

you add a grade level wasp wants to come out and a credit or make that substantive change um next slide please next slide oh thank you uh and um another uh part of the plan for small schools is the facilities the tide facility needs and we will cover uh some of those needs and things in progress during our presentation so i think it's really important to understand who are tied students so if we could go to the next slide um you can see there a distribution you can see there i have to remember the microphone thank you for the prompt laura you can see there the distribution of where students live um from across our district and our current enrollment by grade level uh we do have three students on independent study one one recently

returned um but you can see the distribution you can see the majority of the students at tai do come from the community that the school is in but we have quite a distribution across the district and from some communities outside of the district here is our enrollment by ethnicity so you can see the charts there that break down the tied student body based on the current enrollment we can go to the next slide and you can also see the breakdown by male and female you can see we have two almost two times as many uh students who identify as male than female you can see our english learner population there are 27 students we have just over 50 students who are redesignated fluent english proficient and we have 40 students with ieps and 25 students

with 504 plans designated fluent english proficient yeah so they have been reclassified as fluent english proficient uh so that's just so i thought it was really important just like when a teacher teaches you want to know who's in the room i want everyone to know who's at tide so as far as teaching and learning we've set some common school-wide expectations we have excellent teachers counselors and staff we are looking at standards-based mastery and cross-curricular connections um we have introduced social-emotional learning curriculum into our advisory program called character strong and then we realign nucleus by grade level to include flex time twice a week so students can go during that time and see any teacher they need to and you can see the focus for each grade level we're also working on what that's going to

look like for our 12th graders next year and we introduced co-teaching to tide with the number of students with ieps it was really important to have education specialists that could support the students in the study skills program but also in the general education setting so we have two co-taught sections in algebra one and two co-taught sections in english three we also are working on a lot of school-wide systems and professional development we've been really successful with restorative circles uh professional development for all staff we now have a core group of staff leading staff circles and then teachers are using those circle techniques with their nucleus classes which was the whole idea around the nucleus class we have our diversity equity and inclusion focus we've done two sessions with toby scruggs hussein on braving trust and

bias equitable grading practices which we'll be following up on in our january professional development day and then of course supporting teachers with co-teaching subject area and grade level collaboration and we do a lot of that through our staff meetings we are also in the process of a whole school book read plan and summer reading for students and we are considering antonio lopez's book because he's local he's in the community he knows he's palo alto and it's poetry so i wanted to let you know we're really excited about infusing that into our curriculum at tide all right so i'm going to turn it over to ms smith who's going to talk to you about the milestones in everything we've set up for student services and support hello okay sorry we have to tip this down um

i want to talk a little bit about our wellness center we do have a um district health aide that is based at tide we're incredibly grateful for that thank you as well as a part-time nurse our school psychologist we do have a full-time school psychologist who does things like triennials does assessment for students that could potentially be moving into an iep she helps support students that have accommodations for their ieps as well as 504 support so having her on campus has been a huge piece as well as any time she's needed for out students outside of that those barriers that happens as well we have two school counselors one focuses mostly on ninth and tenth grade students at tide the other one focuses on 11th grade students at time as and and part of that

is providing college and career resources for them um and then she's also an innovation counselor for us we have star vista two days a week um we've had 21 referrals at the time that we made this presentation we don't know if any more have happened today right and she has a caseload currently of nine students that she's seeing from there um we are building out building our infrastructure for our college advising that includes the score that we're using as our college platform um our both of our counselors are going into the nucleus classes and doing visits that are grade appropriate we did have our first college day in october for our freshmen and then we have a second college and career in our symposium in february for our freshmen and sophomores and then there is

a plan as of now in may to take all of our students for a spring college visit to uc santa cruz san jose state university and santa clara so they get to see all three platforms next slide please this table summarizes the student services that we are um trying to build comm uh build connections with um our community and the services that they can provide for our students uh a classic example of this is both youth comment uh community service and live in peace come weekly and meet with our students another great example if you would and if anybody would like to come tomorrow we are doing a quarterly tide take a break for our students where our lunch time is extended a little bit longer and we invite community services to come in and

connect more meaningful with our students a great a great example of this outside of the fact that we have apparently 200 hot chocolate packets 200 hot cider packets and 800 cookies coming to feed our students tomorrow but youth community services is bringing in the east palo alto gym and having them teach our students how to box next slide please um this year we are building a more robust associated student body or asb at tide we call it task or tide associated student council we do have a new activities director and she has been working with students getting more students to be involved in running getting more students to be involved in voting and getting that number up getting a more diverse student culture in our task period it is an actual period it's first period

so she meets with them every single day and then we piloted this semester our homework center it's after school homework center for students that need the extra support it is staffed by both certificated and classified staff so students can get more hands-on one-on-one attention it's mondays and wednesdays more often than not it goes until 4 30 and some sometimes they'll even stay a little bit longer i can say that when we started we had the first week four and then five students and now we're up to 20 every single day so the staff has really absorbed this they're really pushing students to attend and it's been a great success so we'll continue that next semester and then tight athletics right now we do have an athletic director and we offer four different sports and the

fall we offer country in the winter we offer basketball and soccer we just had our first two games it was really exciting to watch our kids play at redwood high school thank you very much for letting us use your gym and then in the spring we are going to offer badminton and so speaking of athletics sorry speaking of athletics and opportunities for students uh one of the things that i've heard a lot from the tide community parents and students um i had 11 juniors approached me the first few weeks of school saying when can i play football and so we've heard a lot of this ask for um and a lot of families conflicted about whether or not they come to tide right because of extracurriculars and what we're able to offer and i also

want to frame this for everybody just so the lenses we are a startup tied as a startup so the milestones you're hearing today we're really proud of because there's a lot of work behind every single one of them another thing that's going to come your way is a proposal for a multi-school agreement with menlo atherton that would go into effect for 2020 where tied students would get to try out and play for menlo atherton athletic teams it has to go through of course the board president superintendent approval then to ccs it's been vetted by both the menlo atherton community and the type community and if you'd like more information on that there is a link to the information the research done about all of our programs at all the small schools because it is important

that their resources are equitable uh but at the end of the day tide was not the the focus of tide is not to be an athletic powerhouse and so one of the things is how do we provide those opportunities and ultimately this will provide more opportunities for all of our students in the district because one of the things mental atherton will get is more freshman teams right which they have needed for a long time so uh it's really a win-win for a lot of our district students in general uh okay we can go to the next slide oh uh california interscholastic federation they govern high school sports i think i said that correctly about high school sports okay um we have put the recruitment efforts um we have double tripled them i'm crossing my fingers

that we're going to recruit a great ninth incoming ninth grade class um we have had two of our three information nights we have another one in january the first one was in person outdoors uh we have offered outdoor tours when we could um to small groups uh we have six more scheduled in january again we'll you know based on conditions but everything's outdoor masked and we also offered all our middle school partners an articulation at tide not all could make it but i've since put the offer out again and we had the hillview principal and counselor come to see the facility and check it out we have connected virtually with cesar chavez ravenswood middle school as well as all the partner schools throughout our district so we are reaching out from belmont through east palo

alto and part of it is our ongoing outreach connecting with our middle school partners to get the word out about tide um so we have a lovely promotional video that valere helped us with and students really say it all in that video so if you haven't seen it and have a chance to watch it i encourage you to do so oh and the link at the bottom of that slide will take you to our promotional materials i meant to bring a hard copy recruitment folder for you today but everything we're giving to families for recruitment is in that link there okay we can go to the next uh slide excellent thank you we've um let's say i think reenvisions the site council uh we have our sorry 12 members there's a typo there for the

parody six staff four students who rotate voting and three parents because students get busy so we want to make sure that if they can't make a meeting that somebody can fill in for them we've met monthly we've launched our elac our english learner advisory committee we had a meeting last night and for 27 families um seven families attended last night on zoom so we're doing the phone calling we're gonna hopefully host something in person in the spring um we also did a tie meeting for parents of students with title one to get their input on how we're going to spend our title one funds which is to support a very part-time bilingual parent liaison and then the tide education foundation is getting out there they're starting their first fundraising campaign and they now we have

two branches we have the ed foundation and the community organization the community organization is this core group of parents volunteering to help with staff appreciation uh recruitment committees events next year will be the you know inaugural class activities and graduation so we really have a lot of parent support and so you can see all the different things our parents are doing we have a coordinate quarterly newsletter and community meetings every other month and the parents who have um headed this up for us jenny rutherford and jen hipple have been uh really amazing um and really working on outreaching and networking to to lots of parents so at some point we'll have a foundation with a budget that's a goal okay so one of the things is we wanted to share some data with you which

is also going to be our why for some of the um instructional and programmatic changes we'd like to see at tide okay let's talk about data um so here is our uh gpa breakdown for both our current juniors our class of 2023 and our current sophomores or class of 2024 the blue is the unweighted gpa or just their high school gpa and the red is the weighted or the classes with that extra grade pump that are a bump that are dual enrolled classes uh a few trends that you can kind of see i want to just you know you can take a minute and look at the difference between the 10th graders and the 11th graders but you can see that we do have some pretty good achievements and then we also have some achievement

that we would like to see improved um in the 1.49 and below next slide please so i want to now relate this to um credits earned right so when you look at the gpa it doesn't we don't like to see 1.49 we don't like to see below a 2.0 however when you look at the credits earned they are getting in a lot of credits they are actually on track so what we want to see our juniors at is at least 100 credits and you can see there are very few as in three students who are below 100 credits and when you look at our sophomores we want to see at least 45 credits and there's only one student who is below 45. so part of that is the way tide is set up we do

have very strong teachers that we are working very closely with them the fact that we have our two counselors this year we're identifying students early and helping them get retakes in and the other part was the massive success of last summer school a lot of that is to do to deal with my two summer school teachers emily cox and um charles bower and the other part is that we were able to hire a bilingual pera that would help us make phone calls home and connect students and get those families to get their students to school for summer school it was wildly successful last year next slide please here is our breakdown of our grades um for dual enrollment the s1 is semester one and the s2 is semester two and then anytime you see in

the column that's w that's mean that means the students who withdrew from the class prior to the foothill deadline so that they don't have it on their college transcript now it's kind of hard to look at data like that i personally like to see it in a table so next slide i have a little column graph for you um what you really want to see here is you want to see a lot of that royal blue in that deep red and you want to see a lot less of the green the orange which kind of looks like red on that screen sorry and the aqua for the w we don't want to see kids take dropping out of class we don't want to see them withdrawing and we don't want to see them getting d's

and f's right and so this data is going to you'll see in the next couple of slides simone and i are going to talk to you about what we've already made changes and what we need to do okay yeah next one these are our high school grades so these are for students that have dropped out of the dual enrollment class or withdrew didn't drop out with drew from the dual enrollment class but stayed in the high school class and again s1 is semester one s2 is semester two the draft category is for students who decided not to take the high school class at all either right and so that's we're really only talking you can't drop out of english you can't drop out of history right that's mandatory for graduating we're talking about classes like

spanish next slide there's a nice little graph for us and again we would prefer to see a lot more of that blue and red and even the yellow and a lot less of the green the orange and the aqua next slide please so let's talk about some of our takeaways um so yeah in reviewing this data we've taken some steps to improve our student achievements right and and their retention in the classes first thing that i want to just discuss is the very first year tide went into dual enrollment classes we were also in distance learning so that's not an ideal situation i'm going to talk faster now i can do that spanish one we tried to do an entire year and one semester in spanish two we had tried to do an entire second

year in the second semester we learned very quickly not a good idea same thing with us history we tried to do it their sophomore year we know now that they need that extra year we've moved it to the junior year so that they can um have another year to to develop their writing and their comprehension skills we also learned though that art the 2d art and nucleus classes were wildly successful and they're great for that first year student to get the confidence for college okay i know we are at time if we could just go to the next slide we will be able to continue in our rotations to share with you some tied learnings and how we'd like to move forward i do quickly want to go to our pathways that we are considering

so as you've heard from tina we're looking at the data and we're really thinking about what's going to work for kids right what is going to work for students and so how do we continue to offer the cte programs the dual enrollment think about those pathways for cte the progression of the courses and how they're going to work so you're going to see as you come and check in with tina and i we will talk to you about the two cte pathways we are considering we'll keep computer science we're considering morphing that and we are considering phasing into graphic and interactive design um so we're going to give you all that cool information when you come when you come and talk to us so that we can re respect the agenda for for this study

session does that sound sound good okay thank you we can move forward thank you okay we're there on board question you can put that last slide back up and i could just use some tech support because something's funny with my screen i don't know yeah these screens are all cut off yeah they don't show the left side of the screen i don't know if that's a setting that i need to do or if it's always like that oh we can't change the resolution on this okay so just look that way okay thank you and we'll talk to you more in the breakouts particularly take a look at this thing [Music] i can see this i can try to look at that but okay so now we're going to group up into rotations and let's see

we have yes um i'm going to uh have your number off so we'll have three groups rotating and if we could um josue can we present the slide presentation for the small school presentation with the rotation schedule so it would be in the small school presentation i believe the third or fourth slide let me bring it up here yeah it's this handout yes you've got a handout perfect okay all right so we're going to be in uh three groups um so let's do this um if you could go in order starting with trustee stevenson start with number one and then we'll go two and then three and then trustee dubois will start you with one and trustee again two trustee thompson three so remember your number and so trustee group one raise your hands up

you are gonna follow the rotation for your group so you're gonna start with our wonderful sequoia adult school then you'll come check in check in with tide then you're going to go to redwood high school and then epaa trusty group 2 you're going to start with epaa very festive outfit here with principal guillain uh redwood then sequoia adult school and then end with tide and trusty group three you're gonna start with redwood and then come to epa tied and uh one of us sits out each rotation since there's four of us and three of you okay and i guess we since we're five minutes late we'll just back everything up five minutes do it we look forward to it thank you to the chair it's going to take a couple minutes for josue to change

the camera around switch the camera around all right if anybody needs a quick techie break while the camera is being moved you can do that otherwise get to your first group roll our chairs [Music] hello [Music] oh [Music] okay [Music] foreign um [Music] oh [Music] okay [Music] different or [Music] how does a family you talk about your school other stuff um [Music] um [Music] so i invite everyone to finish your thought and we will reconvene as a whole group [Music] so thank you everybody and i hope you found that this format was insightful and you had an opportunity to ask questions of each of our small schools and find out what awesome things are happening and where we need support and what areas we're all working on so i will open it up for any

comments or questions just one question about adult school which came up at our last meeting the idea and i've been meaning to ask you this superintendent but we haven't had our 101. um the idea of sending minors to adult school you know that decision was made and is it possible for us to rethink that or have a discussion um kids under 18 going to adult school i was i was reminded of that from our last conversation and again when i asked at the last meeting i don't remember like a policy change or the board discussing that and i really feel like we should be able to accommodate kids 18 and under at our schools so is that is there an opportunity to you discuss that now or discuss it at a future time i think

it might be an opportunity for us to discuss it at a later time i'll give you the quick we'll give you the the quick thoughts around it because there are also opportunities for our high school students to attend adult school and so that can be a different an alternate pathway for them to get their high school diploma and uh the adults they want like if they're working a lot and if they really choose that but i just hope we're not because i've heard okay from people in our school district that there's some concern about that the concern of sending young minors to the adult school right um because there's more wrap around at the at our other schools so if a family really really wants to i guess that's okay but it's it's i mean

that's to me that's really our philosophy of where could kids should be we just want to make sure that we have multiple opportunities for kids to be in a space where they can thrive and so be it an alternative program be it at one of the larger schools one of the smaller schools or even the adult program we want to make sure that we are being responsible and saying hey this may not be a fit for a particular student but here we have an alternative for you to continue to thrive and grow in your instructional program um but we also want to just let you know the great things that are happening with some of our high school students as well yeah so i think with that um [Music] those uh pieces of newcomer minors

coming to the adult school it was uh there was a large number um before kovid there was about 60 students that were referred to the adult school and so the that really shifted the infrastructure and experience of the adult students but then also we noticed that minor students who were referred to the adult school needed different services than we actually have to offer so um so i think uh i do like the recommendation of having um kind of unders stronger understanding of what the needs are of the students that are minors coming to the adult school and then what infrastructures need to be put in place to make sure that they are being successful because we just do not have the same services that a comprehensive school site might have it should be a policy

right i mean do we have a policy on this and shouldn't it go through the board in terms of if a student should have the opportunity to go to adult school shouldn't there be clear policy i don't i'm not sure if it's a policy i would have to do research to see if there is a policy i know in my conversation with um principal with um jonathan we've had the conversation about the 60 miners which happened a while ago but what the conversation for today uh meaning the climate we're in now is that it would be beneficial if students were to receive services from the adult school if that meant a high school diploma and then also what the request was from staff is that they would have additional professional development to support them with

um supporting our minor students our students who are 18 and below and so that was the conversation we recently had in terms of a policy i would have to go back and search to see so we will give you an update and a friday notification if that indeed is a policy and then we can go forth and decide or you all can decide if you would want to institute a policy around students having access to adult school yeah but let's be interested just in that same right of just the num how many there are now because it sounds like the 60 was in the pa in the write-up i'm not asking the question today just right the number right now it's significantly less there have been five five students mm-hmm thank you trust again yes

the 60 was about what three four years ago yes yes so that so we want to make sure that we have the data for today and today's climate but we also know that there's an opportunity now as an alternative for our students to earn their high school diploma via the adult school pathway yeah that that's a possibility and then i think also looking at the specific program students might be wanting to go into because for diploma it's a credit recovery type program and then we also have esl which is a non-credit program yeah right thank you so much thank you so i want to start with a word of thanks to this group out here for spending the time with us i think it was certainly valuable for me and i'm sure it was for

colleagues to have this kind of one-on-one or two-on-two time with you all beyond that i think this is the first time where we've had a chance to meet with the small schools as as a whole and i think that's conceptually important to us that you're actually much stronger as a group of small schools than you are individually and i think on my 12 years on the board it's generally been looking at the small schools and even more clout together and so part of this for me is is a message to simone with her 2.5 free time um it seems like there's extraordinary potential in the bringing together of the expertise um and and also in beginning to think of the portfolio of opportunities that we have to offer as a district yes i would agree

and in the few meetings we have had there's definitely the common themes right among us while we each have unique programs there's common themes so for example we all wear many multiple hats every day right because it's like preparing that big uh holiday dinner um you still go through all the work whether four people are coming or 35 people are coming so i think you know that's something that we all um when we compare notes do talk about right um so yes as the leader of a small school you're probably out there serving lunch you're cleaning up after a dance you're doing all of those pieces because you know there's less people to do a lot more things um and so i think we also want to be strategic about how we use and maybe

share some supports as well and so to really think about that in building um what each of our schools needs right we could leverage that so that's one idea i think building the portfolio is another and you probably saw in the last slide my recommendation for a future of tide leadership and then figuring out the transition to this executive director position it makes the best sense to leave things status quo for the next school year one for stability one for the inaugural class two tide is a labor of love it's phenomenal community it is a gem in the school district just like all of our small schools with these phenomenal leaders are and i think they need stability consistency and then we just need to be really thoughtful about the future day-to-day principle it is

clear that tide needs a dedicated principle i can make that recommendation to you a dedicated principle yes a principle there um and not a split position right it that that's that's definitely clear um so i think we want to be really thoughtful about that and how we navigate these roles as well yeah i'd want to start up you know from where where chris just spoke there's kind of two terms um that we've used about the small schools um one as our portfolio of small schools and really looking at the range of alternative options and and just the different ways that the district has that um that each student can find the environment that really works best for them uh the other the other term we've used is the constellation of small schools because they're all

stars and having having that feedback again tonight and listening to just the the variety the unique perspectives at each and and the commonalities and the and the quality and the dedication is is so not only inspirational but it's it's comforting that the things the perspectives and and the work and the success that is so essential to the board in the district are going on in in the unique ways at each one of the questions i came out with came from the uh the tide presentation and uh like trustee thompson it immediately flipped the switch to me to also talk about it with uh the ebaa group um and i think it involves both of your hats 97.5 and 2.5 um the you know the athletic participation um that epa has settled into being part of

the private school small school league and and really that fits uh the community spirit of the school it enables a lot although in the recruiting process a whole bunch of the community is still very focused on what would i be missing out on in the way of large school athletics as embodied at ma and ty is looking at okay it looks like there's a way to kind of um hang on to the m.a athletic train um and and open the door that way but it it's not being on the tide team and and bringing the tide community together that way it's kind of uh more or less farming out a chunk of the experience and i was wondering if if there are ways in which one or the other solution would end up being best

for both schools or is there a way perhaps to get you know the best of both worlds is is there any kind of an opportunity available out there where um a small school could sign up to be part of the small school league for all of the sports that are covered by that small school league and then associate with ma which has the footprint that includes both of the schools for those sports that are outside of what the small league supports and i i imagine there is everything in the way of bureaucratic hurdles and roadblocks um in the cif um but well if you look at the multi-school presentation i did do my research and anika deserves huge kudos for what she had to do to get into the psal this year which took her

journey was quite amazing right um and you have to remember the distinction is we don't have athletic facilities that tied we don't have a gym we barely have enough space to run a pe class right so part of putting all our energy into building an athletic program i just don't know that that's the direction unless we're going to have the facility to to support that and then the answer to building that spirit and community and tied around athletics is intramurals as well so we're looking at that also right um as it is being an associate member there's very few teams to play so our yes our students are getting that experience and it's been great like tina said that two basketball games have been awesome but they're few and far between right and you're calling

and saying who can we play and and what can we do right um amica's nodding her head she knows too so i think that's just something we have to we have to think about right so while we look at small school athletics yeah all is may not appear to be equal we have to look at the facilities and we have to look at the opportunities too right um so that's definitely an intriguing idea as well i don't know what cif or ccf would would would say about something like that i i imagine um they'd have a lot of roadblocks for us to consider as as their first contribution but um and i also want to be sure of course that redwood is not left out of of that conversation of you know everything we can

do to engage yeah yes that would have to change for redwood to um be part of cif so yeah so that presentation has all that background and all that information looking at the the different needs um and you know again yes we have commonalities in that that we can run small programs but we also have some uniqueness in facilities and and things like that and and so i guess uh kind of out of all of this conversation i i think that part is is is good uh i really wanted to reflect positively on the comments you just made about um the course of those two jobs over the coming period of time because i think um your reasoning for what you said is is really spot on and what you're talking about what you're asking

for is really really very well stated i do think that in particular our first graduating class at tide urgently needs and deeply deserves the continuity of leadership through their graduation to really have that go on and i think that the long-term establishment of the long-term dedicated principle is critical for the success of the school and i also think that the long-term dedicated implementation of the um director position of what whatever the right title ends up being of small schools across the district is critical because of all of the kind of synergy and value not only that we get from a session such as this but but the the structure in which we're going to be able to have all of our small schools more more effectively leverage off of each other and leverage off of

meaningful district structural leadership for how to most effectively operate small schools that balance of local autonomy of the uniqueness of each program and yet the economies of scale and the and the structural institutional support across the district uh is a balance that that is incumbent on us to be managing successfully on on all levels and i think that position is critical to it other board comments or questions hello um thank you for today's meeting i think it was a little bit livelier to get up and move around versus just sit and listen so thank you for switching it up uh so that we can have meaningful conversations i do have a question let me find my packet um it was about the sequoia adult school cynthia um is that correct cynthia cindy sorry um and

we had had a short conversation about the numbers there and thank you for the the one sheeter but it talked about the number of students that are there the ages and you kind of broke those down for us and one of the things that i noticed was that i'm not quite sure i understand the differentiation and programming i'm not sure if this is an innovative point where there could be some more innovation but particularly around you have 18 to 21 euros it's about 22 percent of the population there and then there is 25 to 29 which is 18 and then 22 to 23 which is 14 so your highest population is 18 to 21. that population is so much different than those who are 30 to 49 year olds or even those who are 50

to 60 um they just have you know it's like working adults and like young adults right and so i wonder if there has been thought of any more innovation around those two different populations that they are really different like their challenges are different um i know as a social worker i have a quite a few individuals that i work with throughout the years and currently they're between that 30 to 49 percent uh 30 to 30 30 to 49 years old sorry and those families of course want their ged their high school diploma or go on to college or whatever but their life circumstances are different then my ones who i've worked with who are 18 to 21 they don't have enough of life ahead of them or behind them so they have a little bit

more flexibility in how they do things and so i'm just wondering have you guys started to think about like generations there and kind of what they need [Music] so the adult school what we've done is with through partnerships with different cbo's i think it supports the goals for these different age groups and so for example for 18 to 21 a lot of students tend to want to enroll into some of the job training programs or the certificate programs at kenyatta college so we make sure that we have good working relationships with those two programs and kenyatta college in those areas and then we see a lot more of the the older group of students wanting to gain skill or sometimes needing to get their diploma or equivalency um in order to maintain their their current

employment or just a lifetime goal right and so we do have uh different approaches there where some of us a lot of the things can be kind of a lot of services that they need can kind of be handled in-house through our transition navigator and the services that our school counselor can provide um but i do see this also as an area for growth and looking more at specifically the 18 to 21 year old population um and the supports that they need and then i think also that's an area for program expansion with um getting a full-time counselor that can support uh in these uh efforts yeah do you guys work closely with the working adult program at kenyatta uh and we work most closely with some of the uh with the computer the cbot

program and then also the esl program there's a working adult program after they get their ged or high school diploma these are for individuals who are working like more than full-time but can get their degree pretty quickly um through a non-traditional way so i wonder when i'm thinking about innovation or when i'm thinking about expansion it's like really thinking about what that age group really in order to improve their income in the long run right and we know by getting the high school diploma it's the first step having a certification but then a degree and something that's meaningful right um so i just wanted to just note that that is huge for me to to see the ages broke down a little bit more okay thank you but other than that um i think each

of the programs were it was exciting to have everybody first of all in the same space i wish families could see this i think being a social worker in the community we're always fighting against our history of what people know or don't know what their talks are in a parking lot they don't get to see the beauty of our district in its totality we get to see certain programs at certain times and so this is really helpful as an ambassador of the of the district right i also see myself as an ambassador to be able to talk about our programs a little bit more clearly um as a person who helps families navigate services in in supports and systems and so this was really helpful to see the beauty the challenges as well as the

beauty of each of the options so that i can talk highly of our district not about what we're not doing but what we are doing and i think that that's really important um i know that every person has to feel comfortable in the learning environment that feels comfortable to them so i like that we have so many different options here and i just appreciate it just everyone's like not trying to let me leave the table because you're you care so much about what you're talking about so thank you this was really fun i learned a lot today i appreciate everybody's time you mentioned an ask was that i was trying to see was that is this in the slide deck or is that in the separate slide deck that you showed or uh which ask

are you referring to you were talking about you i thought you said there is a oh something about the principalship is this yes it's in the thai it's in the tide academy link presentation so slide um 17. sorry slide 17 in the main presentation is linked to recommendations in the slide presentation tina and i started to present um so if you get on there okay if you go to slide 17 in the main presentation and click on tide academy it's at the end yeah okay is there a if all is there is some amount of i mean these word asks from each of the sites is that consolidated in one place or is that is it so that's in each of our in each of our presentations so we each covered teaching and learning milestones

um student outcomes and support needed so that's linked in each of the for each of the title slides for each of our schools i mean one ask i did and i think we could all agree with is really leveraging our resources together right um to in certain positions for example a school treasurer um i know it tied we have a senior school secretary doing four different things right treasure is a very specific job responsibility right so that's just one example of how we can work together to leverage some of these positions that may not warrant a full-time right given numbers are at our sites but it definitely is a need so that's one ask is really to think about especially when it comes to classified staffing i actually think we could use that as a

district overall to really look at the student enrollment the needs right and how we could be a small school's consortium so to speak right and have um some shared roles as well which happens to some degree but i think some coordination for that right would be great for us to all have input into and look at do you think that could reduce the reduce the cost of administration could it if we see you guys i like the term look at you all as a consortium for administration some small non-profits do that like we all just use the accounting system or fiscal agent or whatever no i'm thinking more the classified strategy i think each of us needs a dedicated principle by the support that's there administration wise i think i see the heads nodding right

um i'm thinking more the supports right how we can be strategic about that um right and shared among us so when we're talking about a health aide and we're talking about a site technician and we're talking about a um the duties and responsibilities right treasurer textbook clerk those types of things yeah so one to clarify that all right um have we heard from everybody we have we're good i just like to say thank you to everyone you all did an awesome and amazing job and i hope each trustee found this to be a valuable experience and learning opportunity thank you all thank you thank you okay and i think i would like to propose that um before we move on to our other item we take a little bit of a break and let those

who um we're only here to present and and uh have conversation um move on um and then we'll come back and and close out so it's uh 5 24 up there why don't we uh come back at 5 30. from our brief recess and we're ready to uh move on to our discussion item 7.1 a discussion of the governance calendar dr williams you want to walk us through this um so as you can see here's the updated governance calendar for this year you could take a few moments uh hopefully you had an opportunity to look through it it goes our it runs our calendar through of course july all the way through the end of our school year uh with our activities that we've had planned some that we've already presented in terms of presentations

via discussion or information or even action items and then also we have tentatively scheduled information that are regulations that we are required to present and then also information as requested to the board in addition on the electronic copy what you will find will be the list of items or topics which have been requested by the board and so we do keep a running list or tally of each item or topic that has been requested and then we add the date as well in terms of when it was requested and then when we will address it or had we addressed it and via by which it had been addressed so that could be during the board meeting or if it were um during a um friday superintendent update the other piece that's critical to the governance

calendar are the committees and so we do have the committees listed and you will find the tab with the committees as well and then on the recommendation there has been a recommendation to add to the committee list one that addresses students with special needs question i am just a process question that i see the calendar are those other things online but not printed yes they're online electronics i have a question about it's it's a little bit about the chart not necessarily about the content yet there's these boxes that are to the side but when you get to the second and third page yeah what is that aligned to it's the way that it's running so if you look at the electronic copy there are like oh okay gotcha that's the way it was printed okay

gotcha so like this yeah okay so if you go to the um the printed copy you can okay gotcha thank you [Music] yes you should have access to the governance calendar i'll do it right now you have the link now [Music] when i was in the san carlo school district we had special ed presentations quite frequently and since i've been in this district they're quite rare um so am i is it on here and shouldn't it just be part of what we do every year if it is requested board would you would you ask them now so i believe whether it was the discussion about settlements um but last time we had a settlement a special ed settlement there's a discussion about looking at i think seance and kerry and dr williams committee i'm talking

about what i'm used to and what other districts do is special ed present can you use your microphone so what i'm used to it and i think what other districts do is special ed there's a presentation just on special ed not buried in the alcap at least once a year so i think what the superintendent is asking are there three board members that want to have special ed as part of the governance calendar correct so we will yeah so october 13th we did have one so we will definitely do another one if uh it is at the request of the board that's not on here this is this is the coming year right so this is the last this is the past the first passage okay there's some things some things there are some things

that we did on our agenda not every agenda items for the past meetings are on here but these are the ones that are on october 13th under student learning and support is special ed yes okay october 13th it's on it's on here it's october 13th okay so are you looking at the parking lot or the revised so there are three tabs the one tab the first tab is the governance calendar page one page one if you go across and you look at october 13th okay so i was asking october 13th hard to follow yes oh spit i see it sorry sorry so we can update that so that it's clear for you there's a recommendation for yes a recommendation so if it is at the desire of the board then we will add that committee

so based on the last board meeting that we had and i i believe it was in closed session um when we were looking at litigations and things of that sort and wanting to have fuller information so that we can plan differently around that i don't know if we want it as a sub like an ongoing committee or is this just a deeper dive into the data so that we can come back and share some of that i don't know what you were looking at carrie um but i know i knew i had more questions yeah i thought you were just going to look at the data around i proposed that that the three of you as discussed in closed session prepare for that uh discussion and then determine whether it's your recommendation that it continue

or if you feel like it was a you don't need it ongoing but maybe you can make a recommendation after you do the first part of that's where i thought we were it's just really going into a deeper dive with you and leave for later the decision about whether to make a committee or if it's just a one-time thing what was the committee that you were saying and um [Music] and i had a question on in general on the board committee participation um whether um you know a review of this and a commitment for who remains on which committee for the coming year if that's uh something that we should do as part of this evening's conversation or if that is something that should be tied into the board reorg meeting next next week i

know in the past we have had a limited number of uh committee commitments that we have um reviewed during the board reorg meeting but um to me having this complete list here i would think that the complete list should be reviewed and we should just go right down it and make sure where we stand on remaining or changing or if some of these committees are uh are not active should they remain on the list as uh as a plate placeholder there should be tabs [Music] i would agree i can share it with you okay all right are we okay are we are we all ready to to walk down through this together are we looking at the governor's calendar or the committees um i was i was about to suggest we go through the committees

but we could definitely hold it up aft until after other questions and conversation we want to have on the on the core governance calendar that probably makes good sense yeah i have questions about the governance calendar okay i finally put my visual together so i can see it a little bit better um can i ask questions now president so i have a question around the community relations um piece of it like there's nothing on here yet and so i know you've done some work around community i don't know if community partnerships lie in here i know it was uh according to csva when we went through the masters in government they wanted you know they had recommendation community relations and we didn't have that before until now and so maybe we can build that out

a little bit more as a board member to say what do we want in that area i'm thinking of charter i'm thinking of some of the community partnership work that you're doing so you know those are two things that i'm thinking about or even if we're going to have time if others want to have town hall meetings like how do we see that being built out since it hadn't been in our past or maybe it looked differently but not necessarily on the board it's new and so that that is an addition um at the request of the board and so yes you would need to decide how you want to build it out do we do that now president yeah okay i i think for me just in uh kind of an amplification of part

of what you said i think there was a great enthusiasm about the first town hall at tide across the board and there has been some conversation about pairing up other board members at other sites to hold town halls with the superintendent's leadership and i i think it probably would be a very good idea uh for us to put together a list of at least a handful of them that we think would make sense to have uh during the second semester that's a good comment this is all board agendas and that is different and i don't know if we're gonna do these other things also on this or i'm just just like yeah these are all board meetings yeah and those other things are not at board meetings so maybe we're going to add to this

yeah just if you can clarify what your suggestion is yeah i think that that makes sense i think i think probably uh those town halls are definitely different animals from board meetings and to kind of be able to to commit to them and track to them as board responsibilities it might be good to you know put them on the board date that is closest to either before or after the date of of a meeting that was proposed so maybe a consideration would be when we have the presentation from the ywca also when we have um the stanford research group come and we're doing a collaborative presentation those are examples of community relations and our partnerships that we're leveraging um during board meetings and then also presenting information as a result of those interactions so what

that suffice in terms of the board meeting question uh from trustee again and then also from trustee stevenson i think so those would be examples of how we're leveraging our partnerships and increasing community relations yeah i think that would be good and can mean our communication plan as i listen to our programs um figuring out recruitment and things of that sort understand what our communication is and our marketing plan to make sure that people know the goodness of our district is one of those community relations um and then i i don't i'm sorry i didn't mean to put town hall on there that was just like a strategy but more so i'm trying to figure out what goes in there and if we can have a discussion maybe two or three things i don't think

it needs to be ever you know every month but just what things would be important to help us this is kind of like the glue to everything else we're doing um and making sure we're accountable to community relations because it is one of the feedback we haven't talked about the board evaluation yet for ourselves but that has been some of the comments that have been made to me coming from the communities that i serve but also as i branch out and learn more about other parts of our district and cities that that does come up is commit not communication but you know what are the beauties and what are my choices in school and i think that's huge um so families know especially coming out of the pandemic is just it just i think we're

maybe converging on to having an agenda item on the topic okay um which maybe we should have a discussion about what community relations i don't know right wait i'm talking to look for guidance here we shouldn't go too far down a discussion about the community relations right now this is more about the calendar so i don't know if we put it on the 15th just have a discu basically have this discussion but to have it as an agenda item or if it goes offline i'm open to suggestions um i i i would like for us to have a discussion you know with our you know at a board meeting to have a clear discussion so that we're all walking away with a good understanding of what since it's a new area but what do we

want on the agenda what does community relations mean and what is it that we need in order to feel like oh we're really making sure that we're we're responsible to our community just as much as our students and our parents um and i'd like to have it as part of an agenda either today or maybe next time to solidify this area just procedurally today is too late to add to the agenda so um yeah absolutely right so there's that but um i think well we've had a number of town there's been the town hall there's been the um partner session there's other stuff planned so there's activity in the area of community relations that is happening but i think as a board we haven't had the discussion of what is community relations and what do

we want as far as what we want to hear annually that will help us keep a pulse on our community so community if i if i may so for community relations in regards to the governance calendar uh there is room to have the conversation in terms of how it's reflected on the governance calendar so this would be the appropriate place to have that conversation one suggestion i'd like to make is it seems like it would be useful to have the our new public affairs employee on board when we have that conversation either to help with the strategy or the rationale for those town halls or to hear and to hear us reflect on why they're important so i'd like to kind of touch on two points um one is i um i do think that

having an in-depth agenda item on where the board uh the governance team wants to go with community relations and and the full range of commitments we want to begin making i think that is uh an appropriate agenda item on its own and i both agree with chris's point that we want to be fully staffed with the expertise to act on that and also that our meeting next week on the 15th is basically completing every bit of business that the district needs to complete in the calendar year so it is not an agenda that is particularly flexible to adding a couple more items um i and i think january will be a better time you know i'd give you one other reason for deferring it just a little bit is and that's if we're having if

we're considering a bond the communication strategy is going to be an integral part of that you'll want to weave in and so i think you do them together when we're ready for it yeah okay so when i look at the csba website it's actually community relations relations and advocacy um and so it's not just the community relations piece of it i mean we don't do a lot of advocacy but it's also that's part of it that's part of the core governance responsibilities um and then i would also say uh in terms of the conversation about how we would reflect this um on on this calendar many of the events and activities that we've been talking about as being a potential part of the community relations bucket are separate meetings that are outside of our board

meetings and i think a good way to reflect it in that bucket um there may be many that are um agenda items that show up in our board meetings that fit well in this bucket as the examples we've had of community partner presentations in board meetings and i would also talk about some of the student presentations we've had the sustainability team presented to us and from that has grown a sustainability committee um and there are i think several others that that we can look at in that regard but there are also many that are outside of this and and looking at um you know our partner meeting the first of our town halls uh the desire for more town halls those again i think might go well in the column under the board meeting that

was closest in date to the date of it and just specify the date of the separate meeting there so that we've got it anchored approximately in time with enough information to really know what the commitment is maybe we could start by just putting it on the january or february as a discussion item and then and then have a discussion on it and then go from there yeah have this this topical area the topic of discussion community uh relations and advocacy community relations and advocacy have a discussion about activities in the area and what you know you have a discussion along these lines that you're advocating for yeah and then see what comes out of that discussion whether it's additional things yeah and we all could read um the board got um csba has a book

that they've given us and we can read the ariel community leadership as a way to as a primer to get us all ready to kind of focus ourselves on that to have a fruitful conversation that would be my recommendation so i don't mind having it in january but reading that chapter on community advocacy and community relationships if i support that as a discussion item in january if anybody agreed okay yeah thank you so much mr president is is this a time where we can just raise other issues to be addressed i guess the one i don't see clearly that i hope will have a conversation about is data um our sixth goal has to do with data sharing with k aids and community college but we've got to start with our own data and forgive

me if i don't know to what extent lcaps are would be built the lcap reports of which i think there are three are built into it or covered it but for our board i think it would be really important to have a conversation about which data is important why is it important how do we read it and those are deep topics because educational data is not easy to read and understand and i don't think we've done that and yet i mean for accountability reasons i think it's one that's important for us to set up the board going forward about what we track and gives us a baseline for accountability as well as advancing goal six and basically we can't be asking for data from the feeder districts or the college districts unless we have a

good sense of what what we expect of ourselves to me that's probably a study session i'm glad to see bonnie shaking her head um otherwise i didn't really see it on the governance calendar unless i missed it no are you um just wanted to clarify um trustee thompson are we asking for our data system data in isolation or data that is included in our presentations um i think those to not data included because we've presented data in our presentation so you want data outside of that just our data system and how we report in terms of accountability so for example um data on our interim assessments or data around a suspension so those those pieces have been presented so i'm wondering if it's something outside of the actual presentations or the data that happens well

i guess the problem i have right now is we have a dashboard that was developed for the district a number of years ago and i don't think that's been updated recently it has it has it been shared with the board piece of it yeah yeah we might be tracking too many it seems like that's a real good question there there's also the fact that we have our own dashboard and then there's the state dashboard and they're not the same thing and since we've got a new board just helping us read those things can be helpful as well is that do you use yeah microphone can i ask you a question about data that might help or not help um i i think actually we need to have a conversation almost about our philosophy of what

we want to see so an exam to give an example at the community meeting with all the partners and we showed that that we have 94 percent attendance and i keep bringing up that hedy chang would say that's not how you you don't take the average of the whole district because then it looks like an a and then i keep bringing this up am i and and you're missing the kit we have kids that are not attending we have kids that are chronically absent we have kids and and if you say it's an a you're you you're not you're not gonna look look deeply at the problem and our community partners knew that right so people in the audience said you need to be looking at breaking that out by demographics and other community partners

think we do need to be studying attendance so it's almost like a philosophy thing right rich might step in and say we're arguing the same thing pardon me rich might tell us both that we're we have the same point of view on this largely there are philosophical questions but there are also approaches when do averages mask differences that are real that you need to know about when are averages totally inappropriate they're also when what is a basic question is is attendance actually a good number for us to be looking at i think it is it's a real number and we try and maybe it is but i think you i don't know that i disagree with that but but it's very important i think to identify what are those key numbers and and we're not

going to do a very good job as a governance team if we're trying to monitor 100 different numbers and so this might be diana's point um can we reduce her to a smaller smaller number that's still meaningful and helps us understand how how things are and it and it might also very well be that there is a very broad and powerful repository of data that is being automatically updated and the question is what kinds of things do we want to extract from that and look at to get that value and impact and that you know we we may not find ourselves driven to say oh let's stop collecting some of this data because it is obfuscatory but it's just you know let's refine how it is we currently feel is most critical to be looking

at it um but you know i think i think philosophically the kind of thing we want to be looking at is what are the ways we we want to be looking at data that we think is going to be giving us the greatest value as district leadership visibility into what's going on what are the critical trends what are the critical opportunities and problems one thing on this so when jim was our superintendent he would walk us through the data right and so what i've heard in the last several years is like well you can just go and look at the dashboard right versus we were shown the dashboard i would suggest we begin with a much simpler question of our superintendent and maybe bonnie which is when you look at data how do you know

we're doing better this year than we've done in the past what is it that you look at that tells you that because they're the educational experts and so to begin with that as part of the conversation how do you know how are we supposed to know that we're doing better so how do we know when good is good enough and how do we know that we're advancing so we look at comparison data we look at subgroups and so we have presented that data so i guess i'm wrestling with the conversation i want to just make sure i'm clear so one is we're looking at the dashboard and what's presented on the dashboard and how might we use that data one piece also is how we presenting data that is aligned to our goals the district

goals and then also what are the data pieces that are appropriate when we make certain presentations so if it's even with small schools as today you receive several data points from each of the school sites in terms of enrollment in terms of persistency rate in terms of college going rates so those are all of the data points that we look at when we want to determine how good is good enough and then how well we're doing in relation to the target and i think i'm asking the data so over time as well so those are the pieces so i guess i'm i'm wanting to clarify dashboard is one to take us to the dashboard to see the alignment with the state dashboard and that information and then our internal data analysis process is another conversation

you know there's more basic stuff this philosophical approach i think is kerry suggested meaning meaning of numbers explanation meaning numbers would be useful and to me they're going to be more useful in aggregate because when when we get individual program data which is useful in that context how's tide doing right um we also have to govern the district as a whole and we're making trade-offs we'll make budget you will make budget recommendations to us that trade off resources here in the district versus there and so for that i think we need academic data that's aggregate for the district absolutely both aggregate and then also designated by subgroups well yeah yeah i'm not saying not that you wouldn't disaggregate by subgroups but it's for it's the district picture of all activity and not just a school

or a program absolutely okay yeah absolutely by school and by district district-wide so district-wide if we're looking at a mathematics performance let's say and um i don't know algebra or what have you then we would look at the data across the district and where we're performing if we're looking at 11th grade ela then we would look at the performance in the 11th grade ela across the district as well as by school and then as well as demographics so those are the data points that we drill down to uh trustee dubois if that responded also to your inquiry because you you went back and you mentioned um the reference to attendance yeah probably into attendance if my colleagues agree um because it's not 94 attendance it's how many kids have missed 16 or more days or

unless you want to do period attendance and it's to take a snapshot of the kids that are not attending and reflect on them rather than [Music] we've never done that right and then what again what eddie chang would say and attendance is one of our goals if you want to be monitoring attendance as a board you need to be seeing that number not just once a year or twice a year much more frequently and i think the sites are hopefully our monitoring but we never get that information and so that's that to me that's really where you can see the move the needle moving right um to capture those chronically absent kids and and again that's how we can clearly identify the kids that need more support but sounds like carriers particularly interested in attendance

yes and chris youngster philosophical discussion maybe the philosophical discussion is like a board discussion but attendance could maybe be the friday update that at least as a starting point whatever is available on attendance today or whatever metrics you think are best on attendance and you've heard whatever you think would best address kerry's question in this update i will say that it's such a complicated problem there are ways that we can have a platform we do track our chronic absenteeism and i think that's what um trustee the blah is getting at and so that is what we would have to look at in terms of where um dr wilmot is looking into about our own dashboard is making sure that it's getting us the information that we need in order to advance our conversations and then

also to determine um how well we're doing to your point um so um trustee thompson so i think it's just getting clarity around the data points um that is most important to help the governance team understand how the district is functioning and determining how well we're doing as a district how well we're doing servicing students so on the subject of data one other thing i'd be interested i'm happy to do it as a uh not at a board meeting we're just hearing what's up with data zones sort of timing what questions are going to be able to be answered in what calendar year might be be going um [Music] he spent so much time that's right and frankly i was taking advantage of goal six the broad interpretation of goal six but but it's fair

to say you should know your own numbers before you uh talk about sharing numbers with others [Music] in your life but can bonnie can i push back just to say this this is a new board right and and yes we've i acknowledge we've had 12 years of conversation about dashboard and stuff like that but but i think it's important it's probably for me it's the right time to review and we have new board members who haven't looked at it in the same way and maybe it can go fast i think we want to put that on a date yeah i i wanted to say i'm so glad you brought it up bonnie because i i kind of was like starting to lose a little bit of interest because i know that we've talked a lot

about attendance and i think it's very important carrie excuse me trustee dubois but i also know that we need to start pushing ourselves to have a more alignment with understanding where our different partner districts are coming from so that we can better be proactive and how we service our families provide the appropriate programs those kinds of things and so that's what i was excited about is actually pushing us a little bit further along um to be forward thinking not backwards thinking um and that was my my hope um because i think that that is super important um since we're a district that is so different than having um more of a homogeneous district where you serve only from your community or to communities but we really serve across communities and that is significantly different than

coming from an elementary district and so i think we the burden is on us to kind of figure out how to manage that kind of what data are they using so that we can see are we pushing this kid along are we really challenging them are we getting them to a place where they'll find you know a meaningful path for themselves whether it's career or college or whatever the case may be so i'm trying to think this one is challenging us to be forward thinking well my question is do you want to put this is there something that we just are we're going to put on one of these months or weeks or is there not i think there is uh you know i think we've outlined a lot of philosophical um perspectives on on

following through with data i think it would be good to have a data session where kind of the level that we've been talking about here can be presented and discussed and i think at least part of that is you know we have in the past had reviews of the dashboard of what the superintendent and staff felt were the meaningful parts of the dashboard the meaningful ways to look at it and we haven't done that recently so i think that would be a good framing opportunity for all of this and i do think that that would be a good thing to do sometime early relatively early in the second semester specifically related to this it might go to bonnie again there there are three lcap reports to get scheduled for the rest of the year that

i see here including a progress update that includes enrollment data on march 9th and i i don't have a good sense of whether that's a heavy presentation at that time but wonder whether we could use that session sort of put it in context numbers and then give us specifics to lcap enrollment and other things that we had our we have our new lcap scorecard and so we've shared the data with that uh presentation so we will continue to share the metric and the scorecard and future presentations around the lcap and so that data specific to our lcap goals so it's very possible that we continue to share the updates with the forthcoming presentations i guess i'm wondering whether a general com whether that would provide a good opportunity for the general conversation on how the

board deals with data and what what data we see that includes the data data we get from the lcap and so you're asking for a conversation around what data would be important for the board yes yes okay so we can add that in the conversation the presentation not necessarily a line to the lcap but we can have that as a topic i don't know if it would fit within the lcap discussion because we will have the data aligned to the goals but if we want to have a general conversation just about the data that's available then we can make that a topic during one of those months absolutely okay does that work for you yeah i think so one other item that i think we ought to add and i guess we could always decide

to strike it on the 15th but if we are going to be moving down the path of considering a bond authorization which we vote on in the summer we might have a study session or at least an update on that topic on a board agenda and i'm thinking one of the two april ones would be probably a good time that if we were going to review where like i think we'll potentially be having a discussion next week about a whole bunch of different things related to a bond authorization and things that will be happening and then there'll be a point to get an update on how that's going any any thoughts anybody has on anything they want to see before having to vote on it three months later you don't think that's too late i

realize if we're talking about i mean it could be march but it gives time for activities that are going to start in january to have information to report so what topic are you talking about on our next agenda in a week in a week we're going to have a discussion about a facility bond about a bond to build to renovate facilities and part of that will include a whole lot of different threads of activity to be ready to decide whether we want to do it and at some point we want to review all those threads get it and make sure everyone on the board has any questions answered about it with plenty of time before we have to make any decision so just putting that on a one one of these meetings would be good

and i'm just i suggested the one of the april ones chris suggested maybe look a little earlier i'm open to i'm fine with a little earlier as well i was trying to think enough time if for activity in january february maybe it goes in march maybe it goes in april i think as part of the the in-depth uh bond discussion next week uh we should look at what what is the the earliest feasible report back date on that and to uh chris's quizzical look um the bond update was not it was not our gender review we did today but it was uh uh an oh yeah that dr williams raised to me immediately um after that meeting terminated got it got it so yeah that will be included next week so we need to remember

to remember to come up with a date then can i ask related to that um whether i i'm interested in the issue of workforce housing we've got a committee on that or there's a proposed committee on it not sure about that that would feed into the bond conversation could be part of it or i don't know whether we'd need to have a separate conversation about it or not but but want to make sure we're allocating enough time to have it discussed we've been included in um the update for the 15 in terms of attaching it to the bond conversation about authorization conversation i like that idea um i don't know where this belongs but um i lost my train of thought um i'll come back to it it'll come back to me sorry about that

okay we did we did just begin mentioning board committees if we don't have additional items that um people are currently prepared to add or discuss on the calendar itself i'd suggest that we then take a walk um one was the charter oversight i just want to make sure we keep that on the radar i think we're supposed to have a presentation yearly around that is that true we haven't had one yes you are and then um there was a pause due to colbit and so it was a pause because yes yes so you will have you will have yes can i note that historically the schools the charter schools have come in individually i think it would be great for us that they could all come on the same night yeah because it's easier to

compare and they can hear each other's pitch and then we could ask them to leave the room so that we can hold the mechanical accountable against each other we have summit east side oxford day kipp those are the only ones right it would be it would be the ones um that are are chartered by us which so um we are we are obligated for keeping track of summit everest and kipp okay i think it would be fine but i you know i want to i know that we have minimum time so i want to make sure we do what we're most responsible for but i but i think oxford would be fine the other thing that might be interesting would be to give them a template on what we expect them to present i don't

know whether we've done that in the past but that would make give us an opportunity to compare the information we wanted to see it shouldn't be long presentation okay what do you what do you think is a good time for us when do we typically have those presentations for historical they've generally been late in the school year april april okay all right so that was one and then there um i wanted to say how does this we'll talk about reflections from csba but just really thinking about student engagement i know it's not one of our goals but just wanting to make sure our student trustees have space on the agenda to present i think at the beginning of year they talked about the pandemic we learned so much and so i just want to make

sure they have opportunity to present on topics that matter to them for authentic engagement and meaningful conversation and i'm not for sure if that belongs on the governance calendar i'm just putting it out there something that was important for me at least reflecting on your point of csba learnings in our agenda setting uh talking about next week uh the team today felt that we should have in in our uh committee reports an agenda setting item we should ask all of the trustees to prepare and present kind of notes and summaries of what seemed to be significant learnings from the csba conference in past years we haven't really done a very um official effective job of leveraging that and we thought it would be very good to do that while it's fresh and make is that

for next homework assignment yeah is that for next week or next week i actually have started it because i actually excellent okay so i i asked the superintendent to uh formally put in the in the recommendations for that uh topic next week that that we do that thank you for all the homework appreciate it all right uh if if we feel like we've got this we should probably go through the the other two tabs we started to look at the board committee participation let's go through that one and then we can look at the parking lot as well the one committee that exists that's not on here is facility slash bond which is carrying me so we can add that and then review with that edition doctor was you the editor of this yeah excellent

and then i have a question i've got two of the committees in the related wellness um so i told jared the sel task force was hard for me to participate in because it's all day and i felt like as a board member it was the first you know committee or something that i've been a part of that i felt i really couldn't participate very well and i think was because it's a lot about curriculum it's using the google docs and so i told him i was not going to continue because it it felt like it was i normally don't say this it was such a long day and i didn't feel like i was really i also thought it was hard for teachers to participate the way so i don't know if the format of

that is changing and i should reconsider that right there right with the mic the mic comes to you he's always prepared here's another mic or he has batteries [Music] back up i met with members of the sel team or committee who wanted to talk and give feedback for how it went last year and that was a pretty common piece of feedback that it was a long day it was hard for teachers to meet especially while we were in distance learning and we didn't necessarily have subs for online instruction and a myriad of other reasons some you've expressed here as well and so we are looking into a restructure of how we work in that sel task force to where we're only we're thinking of keeping the same dates um but just doing half days of

the you know the content information where then subcommittees can meet separately in between that so that it's not just one full day that then cuts teachers out of the mix so we're looking into a restructure of it for those reasons and others that came up in our feedback session okay and then i have a question my second question is about the wellness committee it has not been meeting and i think that as far as i know and that's and that's where a lot of our partners attend um and i think it's because the contract and my guess is the con contact tracing and other things have taken so much time of our staff is so is is that changed is that gonna that will hopefully be changing because you're right that's javier gutierrez um leads

that up and right now he's been mostly doing our covet project manager position and so actually at the upcoming board meeting on the 15th we're flying a job description to get an entirely separate coveted person so that javier can re-engage with his duties with mental health and that team and those and those committees i have a question about the cell task force um was there any feedback really on the focus of the cell because i felt like for me being there it was almost like a waste of time waste of my time because it was like this long term planning with a lot of issues that were like today um and so i was i was really struggling trying to plan three months out when i got kids who are not showing up for school

or you know teachers are really struggling on how to check in with kids doing the pandemic so it was just like such a big um disconnect between crisis of what's happening now and what we're planning for three years and maybe it's just my first experience on a no it was my first experience on a task force but it was my first experience on this type of task force where i was like what are we doing i could maybe we could just talk about assignments and then the people on the sel and wellness committee maybe the three you can meet offline and discuss the details of that specific committee i think we're just trying to say who's on what committee and then the committees can do their thing all right benefits committee we've got chris and

rich you guys have been actively involved both planning to stay involved and it's good uh foreign policy committee has not kept me on the shoulder and rich is on call when two need to be tapped um are we expecting that to become a bit more active okay all right absolutely i remain uh available to be more involved all right and if someone else wants to be second in line on that i'm happy to hand that one off but i'll stay if needed i suggest you stay on and back up i don't have a suggestion i have a recommendation [Music] our brssd 2x2 scheduled to meet tomorrow i think we're we're good there yeah okay budget committee chris and rich stay active uh county committee on school district organization chris you're up for another year of

that desperately hard work yeah digital wellness committee uh i'm good continuing care is good continuing uh equity diversity council yeah that one's fine we'll keep it okay uh english learner advisory committee we've never met we will mean now moving forward we will establish this committee much needed menlo park 2x2 we've never met uh-huh me too okay uh ravenswood two by two by two we're trying laura says she was contacting folks still hard no people have identified so i guess let's get it on the schedule for the first of the year that's what we're looking at redwood city two by two by two all right and redwood city together okay excellent um all right we've talked about scl hopefully carrie you'll be involved in should one other person join me on that though yes so that's

a point thank you which one carrie seo oh no i think i'm looking at you sean has you on too many things nobody else wants to join that one okay [Laughter] [Music] all right in wellness we just talked about workforce housing we are definitely interested in reviving our efforts there [Music] you can call me alan i feel like we're friends what did you say chris i couldn't hear party i came probably the best thing i did down in san diego was go to a session on workforce housing and i came back jazzed and informed about it and so i was offering to step up if anybody wants to step down from that committee otherwise i will share the information with you i can join you but i don't want to be on that by myself

but i think allen is on it yeah that's where you are so yeah we now we now have three interested parties um and likewise i i went to a session at csba and uh and am eager to to be part of seeing that going again there's going to be some opportunities that have come up that we may want to think about collaboration and partnership around that well one of the 3u has to drop so i think there are two on the committees so i was saying if drop i can just give whoever the people are to give the information um let's see johnny is he okay with that yeah i can drop off it's fine and we'll consult i'll just talk to chris allen you want to join me no i do not want to

join social emotional hello strategically long term i would like shawnees to have the opportunity to stay on that um i well if if that's the case then if you stay on that i'll check in with you about the committee that's all no but it's good to have you there i mean you came back really jazzed and so i could just i tell her i'll step back and throw darts at you great let's let chris and chinese be the uh representatives on that one okay oh okay you and kerry which one all right chris about to turn into carrie there from the last one yeah but i'm i'm still seeing rich and chris that hasn't changed online oh refresh ah okay all right so let's look at our uh are there any other um committees that

are um i don't know if the spotlight committee is something that should go on here um am i yet for spotlight but what is that i don't know what that is what's the spotlight committee spotlight is the college and career readiness oh there's a committee for that uh-huh colleges and career readiness uh form that we're sending out information that we're sending out to all of our parents okay is that a one time or a multi class so that maybe should at least be on the list then on the floor just adding it to the list if it's right if it's an ongoing thing and whether anyway why is it ongoing until we i would love for it to be done when i'm done oh okay it's more involved then okay gotcha thank you well alan

is the sole participant i trust alan 3 30 to 4 30 tomorrow [Music] all right i'll do you all proud unless i get something better to do tomorrow afternoon all right then let's head for the parking lot i think we can knock number two off the list [Music] i don't see board evaluation on here it was at our last board meeting or the one before that where we brown talk about board evaluation i don't know what that means but what what about number one oh 30th board retreat is that last year yeah that's item number two but now i'm saying i thought we hadn't made the decision that we put it on the agenda when we talked about if you were like yeah or something like that with a formalized what's the topic board evaluation

so are you picturing doing an evaluation or discussing doing an evaluation i think first discussing it to to determine if we should be doing a board evaluation um i think we're at oh i see it here we're at the point where i think this would be a good time is on the 17th of november we added it so i finally found it yeah so is the purpose of us looking at the parking lot to assign dates to this or just reaffirm interest or what what what do we what do you want from us here well the parking lot has just been established to keep a tally of the topics you've requested and so the staff and i will get together and then we will present the topics um according to the dates and availability so

what do you want feedback from us at this time about the parking lot if the topics are still of interest so like it's the first one january 30th board retreat are we having a retreat on january that was last january the retreat we had 11 months ago or 12 months ago and some of these um date back into the last school year and so that's why we're visiting do we delete ones that are completely done like that one or do we do something else with them we just keep a toll on the ones that we've done a record so you don't put a check marks next to them if we've done it you see the date okay gotcha thank you all right so this is the record so really if there's anything that we've discussed

or has been requested that you do not see that we don't want no that you do not see listed something that you all agreed on or requested that you do not see then this would be the time that we would add it so the special ed um historical settlement information okay that one's not on there and for data zone i'm happy to do that offline i don't need to do it in it on agenda [Music] one thought this is in the past we've had like all of our wasp reports on the same night which is really hard is is that how other districts do it is there a way to space them out it's not [Music] yeah i think that's hard you just don't like detail reading 800 pages over a weekend i know you

there's more than 800 i think [Music] oh we can put a mark for number 27 a review of the board governance calendar we've got a meeting date that that happened we can put closure on number 32 redistricting of district boundaries because that wasn't necessary so we completed that the population has not shifted enough to require oh okay no just making sure any change the trustee area that was about the trustee areas yeah matching results it's important yeah what can you say that again carrie carrie can you say what you were saying hashing results that it should stay on there yes so the one presentation that we had so we're trying to revisit that for this school year yeah i just want to make sure i understand i couldn't hear very well i said so the

hatching results i think when i thought on here it was for the initial presentation but we wanted to be ongoing i think yeah i think still coz there's a lot of money right yeah and we didn't really have a full presentation on it okay i just want to make sure i understand okay excuse me superintendent williams one thing it's occurring to me that might help with agenda items in the future i think i thought we had a protocol that like if a school board member asks for data which i didn't i don't know whether we even needed to maybe even talk about that because i thought one school board member was not able to go to a staff member to ask for work i need some clarity on that and if sometimes it would be

helpful if one board member goes to staff and gets something that should be distributed to all of us [Music] and i thought that was our protocol but that's not happening and i don't know we might need to has been but uh that should be the practice it should be it should be and i think that might help with the need for agenda items to be you know requested [Music] um and can a board member go because like i did pardon me yes i mean it's i don't know if it's a formal board protocol or or whether but the the tradition has certainly been that if if a board member asks for data from staff that that is shared the response is shared with the entire board but we also said that no one board member

could ask and if it was more then we would have two people meet with it was bonnie we met with and diane about what what information we thought the board wanted to try to help refine it and then it was shared with everybody so i i'm not aware of ever having received information that that wasn't to everybody at least is that a ques is that a concern are we just reminding ourselves it's a concern i have because i've heard staff members say that they've prepared reports but when i so it would be helpful too if when making the request humbly request that i would know those requests and so then we can disseminate the information request i am not cc donald request rich can you do that on the microphone i was just asking so

some number of board members are making one-off requests for data no okay i'm not aware of that okay yeah i mean i mean the only way i i've ever done that kind of thing is in reviewing a board packet when there is some clarification i ask for yeah that's my request usually specifically says please share this additional information with the entire board i don't say that i just said kind of clarification of information whether or not they share it with the board i don't know um but it's usually through the the weekly information that we receive and i'm like okay what's the clarification on this but the bigger question is if people are asking for additional information that something's missing in the information that's being shared so to me it's not necessarily asking someone else

to do additional work to me people are asking questions because the information we have is not full enough or it's not have clarification maybe there's an agreement on data or where we look for data um because i know i've asked questions around the ten where do i find attendance right um because i you know i struggle with our website so i'm like where is the information not because the information is not there it's just navigating the website so i'm just trying to figure that out that's for myself trustee dubois if i may okay so the request you're hearing that individual board members have requested information yes no you're not so my question is is that because you're in the beginning you ask if it were policy or bylaw or practice okay [Music] laid out um

yes it's not specific to agenda items i think what kerry is suggesting is that there may have been things not on agendas but information that had been requested at some point and no nor have i so i'm not sure that that's what you heard is correct or not i'd be surprised you know i think you know from a practice perspective uh as chinese was saying i mean where it is is typical and appropriate is that either in reading through the friday update or reading through the board packet questions are going to arise in the minds of of trustees and anytime your your question is asking for you know uh a more in-depth clarification of data or whatever i i think it has been standard expectation that the information would be shared with all board members

and you know most of i think most of any response we see to anything that various board members ask about the board packet comes as part of the board packet update typically on the day of the meeting but but that information is posted essentially to the public record through board docs for everybody and i think i think we may get a uh the the board the trustee that that request makes the data clarification request may get a little narrative back in an email of here here's a quick response to what you had to say but i think in terms of a formal update of data and a formal report generation or whatever that comes out as as a as a board docs update [Music] and and i would just say i think our our practice

is good and and i would recommend that we are definitely adhering to it and if any staff member feels like they are being specifically harangued for data by a trustee out of school um that that staff member talked to the superintendent about it who can straighten out the wayward trustee in a hurry i think that would be excellent so i think it's been a good discussion the um in terms of the committees annually but maybe twice a year just look at the calendar might be helpful i'd say certainly at a reorg period in this case since no one's changing yeah but if we had people changing to do it on the date of the new person being seated and then maybe roughly half a year from that would maybe be a good practice just to

look at the whole calendar to see what's there see what what's missing or et cetera well i i liked it yeah i i would think that in in a typical school year where the start of the school year does not roughly coincide with the start of the superintendent's employment we would expect the the governance calendar to be reviewed very very close to the start of the school year and so i would i would hope that that would be the next good time to do it but then i think the idea of perhaps the start of each roughly the start of each semester might be a very good time to review it so we're slightly we're either almost a full semester behind or slightly ahead of target this evening great with that does everybody feel uh

well informed on the governance calendar and that the governance calendar is well updated and sharply honed very good that's the best all right okay um with that i don't believe we're doing we don't have a separate um item on agenda settings since we were just more or less doing that um so with that i would welcome i moved to adjourn that second all those in favor thank you excellent
