001uh 202 summer board meeting. We will begin call uh roll call. All those present mood, >> Katherine Vance, >> Sylvia Hendris, >> Amber Stevens, >> Jessica Miguel, that >> Thank you. Um, next we have uh routine business approval of May 3 May 30th. >> Approval of the um July 12th board retreat agenda. >> Yes. Um board there are some changes that uh I would like to make and that is to remove item J toward Sunrise House. Move item N to J and adjourn meeting after new item J. What was that last part? uh remove item J, the tour, the Sunrise House, and then move item N today and adjourn meeting after item J. Oh, >> okay. >> And then we'll go to lunch and then if there's no objections, can I have a motion to

002approve? Motion made by Sylvia Hendris, a second by Anamarie Stevens. And the motion is to approve July 12th, 2025 agenda with amendment to information. Remove item J toward Sunrise House. Move item N today and adje. Thank you. Um, next we go into item uh number 4 A, welcome and invocation. Miss Stevens, would you honor us with the invocation? >> Thank you for this day, your blessings. Thank you for the opportunity to learn and grow as a team. I want to say um we want to make sure we start this um new year off on the right foot being prepared and supporting our students and our staff and our faculty. Um thank you for this opportunity for us to be a part of this um adventure for the next couple of years. Thank you, Miss Stevens.

003You're welcome. Um, board advance, members of the board, and um, Steve Collins, thank you so much for being here day two. And for our audience listening, thank you so much for joining us. We assume we had a very productive day um, learning uh, the instructional side of the district. The purpose of today is going to be to also take a closer look and our part of the operations and also to see the school's readiness. I want to thank the the community board and all my colleagues that were here yesterday. Thank you for having an open mind, an open heart and an open spirit and to that for being engaged and identifying um what are we going to do, how we're going to do it by when we're going to get it done and also continue

004to keep an eye on what is our share accountability building to ensure that we are supported but we also are challenged. Um we do have a busy day and um once again I want to thank you and let's get started. >> Thank you superintendent. Um next we will go into item B with the technology. >> Please come and welcome uh our director um Aaron Bates uh the one and only with his three three to five year plan. Thank you Mr. Bates. All right. This might do the work. There we go. All right. Well, this is year three of the three year plan. So, we're going to be kind of going over all of the things that we initially planned to do. We'll wrap with all those things and just a few new items that have

005been added since. So, I'm going to jump right into it. Um just like to remind everybody um your BC technology department is committed to supporting high quality education. We strive to work with students, teachers, staff, administrators, board members and the community to support technology integrated learning. Technology is a way to diversify teaching. Um so um really everything we're doing is to meet the growth uh targets that um are set forth by the school district. We don't really set those, but we're here as a supporting department to support all of that. So, um, we're always going to be in alignment with that. We're always going to plan for that. So, um, same thing with our three, you know, at the time we had previous stretch goals. We now have the cycle 10. Um, so everything we're

006doing, like I said, is to support that. Um, so we'll start out and just give you an update on where everything's at. We're feeling pretty good because a lot of those things that we put down, we're we're making making progress. We've solved a lot of those things. You'll see a lot of these things are duplicate. They were separate problems, but sometimes we had the same solution solve multiple problems. Example, we wanted to improve data integrations. We had so many third party systems. We wanted all of that those integrations to work better to work better. So, speed. So, we implement we implemented enhanced solutions to get data sync with systems. Um, same thing with we wanted to sync the data more often. So, user rostering data is synced every day. Uh, we wanted to improve data

007accuracy and access. So data third party systems this one we need to fix that. So um so we wanted to we wanted that data sync with the third party systems. Um we wanted all to be automated to remove from the air from most of those systems because that was a common problem. We want things to learn 100% of the time. Uh we also wanted to improve data availability. So most of all our resources have been placed with a single uh portal allowing easy access to district resources or distinct resources. So specific to each area. So synergy assessments um we completed we implemented synergs which is related to behavioral and and lots of other things. There's 11 components to NTSS. Um those were under implementation. I should have changed that. They are done. um that was

008replacing thirdparty systems such as class ojo pro and school city which was our benchmark testing platform um those have all been rolled into that single platform under edge point. So uh we have a new item uh we're on boarding right now and it's called synergy data an analytics um that is to be completed November 2025 and that is really a a data portal for all staff all of our instructional staff and leadership to have access to to analyze all of the data from all of those because as you notice here we rolled all of the ESS data all the behavior data all the assessment data is now in one place and now the analytic platform is going to help us analyze all of that. So, so that's really like the final piece of that puzzle

009to wrap it all into one. So, um so we're excited about that. Uh we want to we wanted to we needed to enhance some the controls related to equipment. You you probably know a lot about the office going on. There's a lot of controls that we're trying to improve and enhance. Uh so we wanted to improve student feed tracking. So we put that in synergy. We wanted to streamline student technology checkout. That means that schools when they issue a device that's issued through the synergy platform that's accessible to everybody. We wanted to automate technology checkout for staff. Uh that's something that we have done. We wanted to streamline fee processing for equipment. So having all that energy all in one place now we can see all of that and not only the technology fees but

010library fees just about every fee that we have is in that system. So, the only one that's not is food service. And since we're a CD school, we don't really have much related to food service fees. Um, and of course, the final piece here is the online payments for technology fees. You probably see that in some seen that in some of your board updates, but we are moving to a system called Heartland to allow parents to make payments online. Especially that we're going to be doing the IDs for Transfinder. It's something that we really need to be able to maintain and support the students having IDs and having replacements. Um, so we wanted to simplify access. Uh, so again, some of this stuff is redundant because it was really a lot of these issues were

011spread across multiple areas and we were able to solve them everywhere with uh the implementation of Clever. Um, so we wanted to that gateway is a single pane of glass students can get into. they can see every resource that they have. Um, we wanted to more efficiently onboard employees. This is something that's that's always evolving. Um, we want to imple way for new and returning staff to immediately access training materials. And so, we have a new process we're doing for this year. We're hoping we'll solve that. Um, one thing that is unique about the onboarding process that, you know, we're we're still leveling through a little bit is we have contractors, we have people that are not hired through the normal process that goes through the board through personal action requests. You know, we might

012have a vendor that needs access and that and that's where we're still struggling a little bit. So, we still have some work to do to improve that process. So, um, streamlining really about the system. So we have a center of controls in place now to ensure we're not just on the fly adding systems that we don't vet. So you know the superintendent's office, the instructional team, they all see the resources, vet those resources before anybody has access to them. So um so I just put some some down here under funding requests uh generated for this goal. You'll see some costs are associated with it, some systems we put in place. um synergy assessments. We have clever systems, synergy MTSS, Synergy SE, FMX was a new one we implemented last year. That's a facilities management express.

013That's the world system for facilities um and technology. Um and of course, Transfinder, which you've heard a lot about. I'm not Mr. Be on that piece, but that is, you know, something that we're really really rolling out at a high level this year. All right. So um next one is is safe schools keeping you know students safe um and keeping teachers safe not only physically but on systems um on the internet um so cyber security um this kind of wraps around all those different pieces um but we want to provide cyber awareness training for staff that's something that we are doing and we have been doing I think for the last two years about year and a half I think is when we started this our insurance company in conjunction with cyberpools adopted a fishing

014awareness platform that they provide us to use. Um we have a support staff mandatory training. So we do we have to do mandatory cyber awareness and internet safety training for all staff. It's now required by the AG whether we want it to be there or not. Now regardless of that we want it to be there. So so there's actually four trainings I would love everybody to take but we have to be realistic about our our expectations for staff. I can't have them sitting for 8 hours of IT training within the first days or higher. That's just possible. So, so it's an ongoing ongoing thing. Um, we evaluate student internet filtering. Um, we we still feel that securely is the best platform for that solution. So, we're going to keep that in place. We really haven't

015found anything better, but we're always looking um because we want to make sure we have the best solution in place. Uh, we want to raise partnerships with the trust and other cyber programs providing cyber security support. So, our insurance company and the state um have there's an Arizona Department of Homeland Security that's been supporting us a lot, but we've implemented the following solutions there from our insurance company for as part of our cyber coverage. They do these things for us to help ensure that we are, you know, in compliance and doing things correctly and that if we do if they an example, we have a we have firewalls at our schools, they'll do a penetration test on us, try to hack into them and they'll tell us if they find any issues. So, not only

016are we trying to make sure that doesn't happen, but we have the insurance company following up with, hey, we tested it. You know, here's what we found. We get a report. All right. Um, increase cyber security requirements in all areas. Um, so we implemented two-step verification on district systems. That has been done for about a year and a half now. That was a huge step in securing everything. Um, it is something that does annoy all of our users, but it's it's absolutely necessary. implementing cyber security resources provided by the department of homeland security. Um we have done that and we attend uh safety and security related trainings and conferences. So we attended two for 23 24 there was one last year and then the risk management um I already done this year and the ACPs

017event is coming up in December. So, we'll be doing that one. All right. Improve campus security. Um, we want to, of course, continue that. Um, that is not something that's solely the ID IT department's role, but that's something again we're here to support everybody in the district and everything, uh, when it comes to technology related solutions. So, um, as you know, we have the cops grant approved. So, we want to work with district operations to enhance physical security within school buildings. the round two project was not only did we have the funding approval, but we're in the final stages of of getting the estimates 100% correct and getting that work started. So, I don't have a timeline yet for that project, but I expect within the next 9 months, round two will be completed. Um,

018so install and implement AI security cameras that was done as part of that grant at the end of this last school year. Um, everyone will have access to it in the new year. Um, so we're really excited about that. It's working really well. It's really easy to use. Um, and I think we're pretty happy with that. Uh, and install visitor management tracking systems. That was ground approved on round two. That is actually something that we will bring have to bring to the board to have you fully understand what it is before it's implemented. Um, so you'll see more on that once we get closer to starting the round two project. So, um, install more door access controls. So, you know, when I say door access controls, you'll see the front door of this building, for

019example, has the button you can push somebody can let you in. That's considered a door access control. So, we're looking phase two of the grant project and phase three of the cops grant project will be moving us to where most of the doors outside are all electronically controlled. That way, in the event we go into lockdown, we can lock every door essentially. So, and even if you have a car, you won't be able to get in. So, and it, you know, that prevents when we're in a lockdown situation where nobody should be entering any doors, you know, they're not going to have the option to do that. So, so, uh, there's there's a lot of different things that the system will do, but again, that's something that's happening. Um, and then approve campus wide communication

020systems. Um, so on round three, we're requesting the improvement of all of the camps. Uh, there's a solution calls. We haven't picked the exact solution yet. That's why it's showing you in progress cuz we have not settled on the exact solution to vendor. We just know what we want is a unified communication system that you know for example district office restrooms. This building does not have intercom nor does transportation nor do some of the employee restrooms within the schools. There's a lot of nooks and crannies and areas in schools that do not have speakers. So what we want to be able to do is when we we call for an emergency or even do a just a general announcement, we want every single area in that school to hear that message cuz right now it's

021it's about 70% to 80% coverage depending on the schools. So you'll go out like some example secondary school if you're way out in the field you're not going to hear the announcements. So you know there are certain areas if you're in the parking lots you do not hear the announcements and that's you know that's something we want to address to improve security. So the current grant was submitted and I think we're we're just waiting for So all right. So improve and maintain success. So um we want to maintain and effectively support district uh hardware. So that's all the the equipment we use including the stuff in this building that's broken. Uh but we want to encourage implementation of systems that are proven to work. And um this system worked for a while. So I apologize.

022I know this is different, but I'm a little frustrated about this one because then I don't fix it myself. I always fix things on my own. Um, but we're going to we're going to continue to encourage systems that are proven practical. Uh, professional development for techn technology staff and stakeholders. So, make available IT staff for school technology training. That's something that we continue to do. If any school wants any training, they're you know, they just need to reach on schedule with us. um as long as we get a week's notice. Um cyber awareness and cyber and cyberpools. Um so these are some examples of agencies that help us. Um so we we use cyber cyber pools which is the contractor for the trust which is our cyber insurance carrier. We go to the synergy conference

023year the the Arizona department of homeland sec uh security event and the trust risk management summit. So, just again, we're going out there getting exposed to those industry standards and what those issues are. Um, maintaining a hardware replacement plan. So, we are maintaining a 5-year capital expense plan related to equipment. We have a really good refresh program here. We we've been really blessed to be able to making sure all of our end users have equipment that works and we're not, you know, making somebody keep a device too long to where it doesn't work for them. So, uh, we are continuing to, um, seek out funding sources. For example, this come this year in November, I get to apply for funding again to replace hardware such as Wi-Fi equipment, fiber optics, network equipment, battery backups. We

024of course apply for the school battery protection grants again. And we also have the impacted support. Uh, retain high level staff um to want to provide a path to enhanced knowledge for district technology. So we want to maintain a high level of uh understanding and technical areas. So the synergy conference, the security event, we go to the vendor showcase every year that shows us all the newest and greatest stuff for students and teachers. Um and the state compliance conference which we actually had two team members go to on Thursday. So uh we want to keep up with technology, ensure the district has adequate infrastructure to support any current and future needs. So internet intermediate internet connections uh we added that 1000 megabit connection I think a year ago. Um TWWA has a max service level

025of 1,000 megabits. We're hoping that that will increase soon. Um we will with all of the building security systems we're putting in such as cameras, door access controls. All these things require internet and really good internet access to work. In addition to that, we're constantly adopting online resources for students. you know, the internet is is very much an essential utility here. So, without that, we we really struggle to operate. So, we need to make sure that stays at a level that's um meeting all of our needs. Um we moved the uh access point management system to cloud last year. Um we have a brand new site to site connection between primary to district office that's more or less a redundant connection that gives us, you know, that can split traffic between all sites. if we

026don't have enough speeds at one of the sites, it just shifts it over. Um, all our battery backup equipment was replaced in 2023. All our network switches, firewalls, you know, um, so and the primary and secondary internet connection upgrades to from 259 to one gig happened in May 2024. So, um, so of course we want to listen and approve. Um so feedback is driven uh driving the adopted solutions such as center assessments NTSS FMX transfinder and now analytics. So again we're listening feedback that way we understand what we need to add. All right. So um what we want to do is continue um capital equipment upgrades. We're just going to continue maintain maintaining that classroom technology upgrades. We estimated about 600 600,000. We spent about 70,000 this year for those improvements. That equipment is being

027delivered. I think we're going to be probably a third of that cost when we're done. I think last year we spent 90,000. This year 70. So we're nowhere near that estimate that I had in here. And I'll give you a recap next year when this is done. Uh how much we spent each year. Um the the grants currently on the table. We'll see the district 1.7 million over three years. So the cop grants one, two, and three. We don't know if three is going to be a fun be funed. We also had the category 2 project that was approved and we're going to go out for category 2 again with e- rate. So we're continue to use those funding sources. Uh we estimate technology staff training to be around 7,000 per year. You all recently

028approved the um certification based um stipens for them to get certified. Uh we want to concentrate on infrastructure improvements. You know those are um estimated high cost. Um, we we continue our conversations with TO TOA to improve connectivity. There's a lot that they've done. I think there's a lot that's going to be available to us in the coming years. So, we're just going to continue those conversations. And that's it. Not a lot of information, but if we all have any questions, feel free. >> You have any questions? >> I have questions about the homeland security partnership that you're working with. What is that all? >> So all um state, local and tribal governments have um so any institution that's in that realm, the state has funding to support organizations and providing tools. So they're providing

029an antivirus solution, a system update solution. They also have a solution called we actually have redundancy. the the trust is offering email fishing simulations where we send emails out and we actually test people and tells us if they like clicked the link or not so we can reinforce training. So, it's a program called infosc. Um, the trust is using a their own customuilt thing. That's what we've been using. The trust is uh they're offering one. So, then the department then of homeland security offers one. We didn't really opt for that one since we already have it. So, uh we actually did sign up for it this year just to have it to try it. We may use it, we may not. Um there's um antivirus solution we use called um proc strike. You probably heard

030about the big internet crash of 2023 when it came down, you know, all the airports went down and everything. It's the same widely adopted antivirus solution. Not that I wanted it for that reason, but they they were they were still have the best reputation for um stopping ransom and just all software. So we need to stop. So that's something we deploy every device we have. It's Windows um you know, we don't really have antivirus on Chromebooks for Macs. So, so those are the solutions that we're getting from the state. And then of course they do an events every year that just tells us about the latest trends, you know, what government agencies are reporting to be the biggest issues, you know, latest cyber attacks in the state of Arizona and of course domestically and globally

031about that. So it just keeps us really keeps us in the loop, you know, on all the happenings. We get email alerts all the time telling us, you know, this trend is happening or watch out for this, you know, if you have this system, you need to, you know, you need to make sure you patched, you know, so it really helps keep us in line with those um what we call industry standard issues. >> How long does the funding mean to the state, but is it like a few years? >> Um they guaranteed us for three years. We're actually past the promise timeline. So now it's just a year to year. We did get the um letter of agency to sign again this year, which kind of tells me they're continuing the program another year.

032Um I am a little nervous about if the funding ends. Um if it does end, then we can just move everything to our own solutions. And that's an example why I don't want to move the email fishing piece to them because if they stop the funding, I'm then going to have to move it back because it's I think it's like $30,000 or something if we went out and bought it ourselves. So the anim solution again they they're giving us the best there is which is crowdstrike. You know we could always if that funding ends we could always move to something else um and maybe something a little bit lower cost and still meets those needs. But um but yeah that's something that we're you know that and that's a big talk at the meetings too.

033You know everybody wants to know the timeline how long is it sustainable because we need to make sure we have a sustainable funding source in place if that ever ends. So, and that's why I always, you know, we'll put some throw some numbers out here. Um, you know, I estimated a little high for the classroom piece. You know, if we end up, you know, need to move some of these over to this, we can, but we're we're set for another year. So, we do know that for sure. And when we go to the conference in December, I think they're going to talk, you know, there's, I think, a two-hour session on the timeline of the of the funding and how that's going to work, the outlook for the next three years. >> Okay. >> So,

034>> um, how many how many is that? >> Uh, three. >> Three. Are you planning on? >> Uh, not at this time. I think we're our workload right now is really good for the three that we have. I mean, we have some spikes from the summer in certain times, but I have a really well-rounded crew. Um, you know, taking on the the synergy thing, I think two years ago or a year and a half ago. I don't know how long it's been. I feel like it's been 2 and 1/2 years. >> Yeah, I think it's about 2 and a half years. They've done a great job. Um, we've been able to, you know, shift duties around and ensure things are still getting done on the technical side and ensure that the synergy piece is covered.

035Well, I think, you know, Synergy, one thing that, you know, I will say is we've done a lot of implementations with Synergy as far as enhancements. Um, you know, we've done a lot, you know, Alexa and Ruben, I think you get reports every week on grading information. There's a lot of things that we've automated and done that weren't there previously, and that's something that we continue to do. Um, one thing that we have, you know, every every year we go to the conference and we see all these great things and we come back and we implement those, you know. you know, so it helps keep us in line of what the system can do for us. Um, you know, the online registration, prime example, you saw a lot of huge improvements on that. You know,

036we did not have a way to e-sign forms last year. This year everything is eign. So, you know, that that's there's a lot of work involved in those pieces and I I have really good people that are willing to take their time and work through and make those things work well. So, I feel very blessed in that in that realm. um that have people that are really willing to concentrate on that front-end experience that all of you parents are going to have um you know with that system. So not only and again we're we're supporting everybody. We're supporting students, teachers, parents, the community. We're we're always on that front line of support making sure that and you know we're facilitators of information. We're we're just helping you all get the information in and get information

037out. So um the easier we can make that the better. So, um, and I think we have good people that are doing a good job of that. Um, that's something we're always talking about monitoring and if we I ever do see that needs to be adjusted or, you know, that's something that we can do, but I do feel pretty good about the team right now. >> So, I have a question in regards to the your round one, round two, kind of three fighting. Yeah. So, like if anything goes away, what's going to happen? >> Well, right now the the the round two for the cops grant as far as I know today, we're good to go. Um we have up to three years to complete the project. you know, there is a lot of, you

038know, it's been a bumpy road with the federal government, but um we have been assured that the funding is there and if we spend the monies, we'll get those monies required because it's um we get sp we get we get 500,000 from the federal government and we have to pay 25% above that. So, I think it's I can't do math in my head, but it's 160 to 170,000 out of the impact aid funding that we're paying to do the that other piece that the federal government's not paying. Now, what will happen, we'll have some conversations if the round three is not approved, which I'm, you know, I'm a little iffy on since we are, you know, there's thousands of schools that apply for this every year. Only a hundred of them get funded. We've been

039lucky enough to get funded two years in a row. And I think a lot of that's related to our unique situation and that we have the high needs. So if we don't fund round three, you know, the goal is to still do the project. Um and that's something I continue to push for is if we have the funding to spend on that project. So um so we will definitely um I think we'll know about the award for round three and around October and we can go from there based on whether it's approved or not. But the communication piece is kind of the final piece tying everything together. You know, there's there's sol the solution out there, you know, this panic buttons. It has all these features to where we can really enhance how quickly we

040can lock down schools and not only lock down schools, but communicate that to parents and, you know, have all that in a unified system that works well for us. It's a it's a mountain, I will say, but it's it's a goal. I want to find that out and I think you know I think we need that to ensure the safety of students and everybody here. Y >> um I was just going to mention that too that the longevity of your staff has helped in the process of being able to complete because then you know you don't have to go back to train >> and I think that those goals that you set or set together I and understand the systems. And I think that that's what helps you as you continue to project. >> Yeah,

041that's been very valuable because some of these projects are five-year projects that we've been able to do in one or two years. So, it's, you know, especially with the student information pieces, you know, having everybody, you know, being positive and engaging in all of those rollouts has been awesome. Um, analytics, like I said, is going to be huge for especially Ruben, um, and the admin team to be able to and you're going to you're going to see the results of that because you're going to be the ones looking at that data that comes out of that analytical system. So, you'll be able to, you know, it'll better help our our data driven decision making, you know, in the process. So, >> you mentioned about um staff person training. >> Yeah. train hospital. >> Um there

042is um one thing that we're you know we we haven't had a lot of requests for that training. So that's something that I've always wanted to improve and do more of. Um I always feel like we never do enough, but as much PD as our teachers go through on a on a monthly basis, you know, it's tough to get a lot of time there. Um because again, you know, a teacher knowing how to use, you know, their their touch software on their screen may not be the biggest deal of that week. They may they may have a whole new instructional platform rolling out that's a, you know, a bigger priority. So, you know, we are not, you know, my me and my team, we're not teachers, so I can't always I can't really dictate what's

043best to be in front of those teachers. Um that's really for the principles to decide. So, so we just um constantly encourage principles to adopt the training and and that can be in person, virtual, however they want it to be. That can be directly from the vendor. You know, a prime example, we have a state um compliance training coming in next Wednesday to train all the secretaries on compliance again to try to help us with the audits again and ensure they're armed with the knowledge they need. So, again, we're facilitators. We want to facilitate that. If if a principal comes to us and says, you know, we really want somebody that's instructional to come in and train our teachers on using Chromebooks in the classroom, we'll find a resource to do that. We just need

044to know that that's needed. So, um, and that's where the the data driven pieces are really big because that gives Ruben and of course all of our principles u data that can 100% like back up the fact that we need training in this individ. So, I'm really relying on everybody to to tell me what they need because again, I'm not being an instructional person. You know, it's difficult to to say, "Hey, you need this. You need this. You need this." You know, there's things we have to train on cider awareness, for example, we have to do that. That's there's no choice. So, I'm always going to advocate and say, "Hey, you got to do this." I just want to hear your security the system or are you >> What's up? >> Are you on the

045card system or are you still using keys? >> Um we like I can get in the front door here with the card only the IT department's been kind of testing that. >> But um the system we're moving to on round two will be >> card. >> Yeah, it'll be card or key fob or it could there's a few technologies you can actually put that one yourself on. strong. So, you know, the nice thing about that too, like one thing I'm looking forward to is you can actually look at the data and you can see who's coming in, who's going out, and if you're, you know, suspect of something going on, you can see you can see who's coming in. So, you know, with the key, we don't know who's using the keys. >> Yeah. >>

046And that's something even on the AG audit, you know, we were asked to better monitor access to server rooms. like I can put a sign out sheet in there and you know limit the keys but I still don't know what's going >> with this type of system you're going to know. So, >> so if you have sensitive areas, it's going to be very helpful. So, >> okay. I'll just just make in regards to how far come in the school district and I've always when I used to work here and how much has been here, you know, do everything. >> Yeah. >> It's been amazing. And we're really, you know, we really want to not get contempt in what we're doing either. So we're constantly that's why it's nice having Ruben because he's always pushing us

047to improve and try new things. So So >> um I just want to say you know a few years back I didn't um when I got on the board I didn't realize how important the technology department was for the whole school. It's kind of like the the neurology part of us as a school district. And so it encompasses various, you know, just it's just so much. It's so much. And and at that time I was thinking it's just the um the bullets in the classroom, >> you know, but it's way beyond that. And so I really appreciate your, you know, um presentation and where we're at. And like Sylvia said, um, a few years back where we, you know, or years back, we've come a long way and and I'm glad that we're still moving

048forward to, um, make things better. So, uh, thank you for everything that you're doing and I really appreciate the even though you have that small staff, you know, they're really amazing. So, um I'm glad that um they're they're here with us and they will continue to be there with us and to move forward in a positive direction. So, thank you. >> Thank you. >> Uh next we will go into item C, transportation. So, we're moving from the neurologist to the cardiovascular system. Now, >> we're going from the neurologist to the cardiovascular transportation can make this work. Welcome, Mr. >> Thank you. Good morning, madam, acting president, families, members of the board. Um, superintendent is is that working? No. >> No. I have to say to you this morning here went on a very short presentation

049today. >> Thank you. Transportation related. Yes. >> Yes. So, I was thinking back, and I'm not going to take us back to 2023 because that was a painful time. But I did have to think about one of the first times I met a superintendent as he was taking us on a tour of the transportation facility. And back then, he had a lot more hair. you know, he said, I don't know, he wasn't stressed or anything, but we looked at the five buses that actually ran and of course none of them had air conditioning. And uh I I could just see that this man needed help. And with your support of this board and administration, the other evening I was walking through the transportation facility, walking through the yard, and in my heart, I was very

050proud of where we started from and where we are today. It's just night and day. It's completely different. When we send a bus with our team to another school, you know, the paint's not falling off. It doesn't have broken windows. It's something that our students can be proud of. and not an embarrassment. And it's because of your support that we've been able to make tremendous strides in our department. And so with that, I want to uh share a few things uh with you. Just kind of updating the three-year plan. We're that's all I'm going to say about that 23 24 year. So that's over. And let's see. Um obviously our objectives are still the same. We did have objectives when I came in. We want to make sure that um we are getting our students

051where they need to to the classroom so they're starting on time. We want to make sure that we're able to have our students participating in in field and activity trips and then also being fiscally responsible. So here's clearing the land. That's 2023. We're done with that. We've cleared the land. Boom. All that's gone. So taking a look there at the 2425 year. uh the those were the objectives that we started out with and basically what I've done is just kind of highlight a few things that we have uh completed. So we've replaced at least two of our unreliable high mileage buses. Uh we've traded in some of the older equipment. You might remember the rear engine buses. we've been able to maximize the equity that was in those and trade those in and put that

052equity towards a front engine bus that would actually meet the geographical requirements for our particular district. Uh we still have some of those rear engines in our fleet, but we have done an excellent job of maximizing the value in those. Uh we also um have been able to get rid of our buses that were in excess of 200300,000 miles. Uh so those are now out of the fleet. And when we get to the statistical analysis, I'll show you a little bit more of that. Uh we have done a very careful job of uh assigning buses to areas where they can be most successful. We are using the little smaller buses on our activities. So instead of using those uh as we did in the past, we take our big buses, we run them all day,

053and then we take those same big buses and do our activities. And we're putting a lot of miles on very expensive equipment. So we've been able to use the less expensive smaller buses cuz you have smaller groups. Not all of them will fit on a small bus, but those that are going out to all far areas for activities, we put them on a little bus. Little bus less expensive to replace than big bus. So we've been very diligent about doing that. um routes. We were able to create additional routes. Uh we've had uh we started with uh well we've had 12 and then we had 16 and then this year we had 19. We've created those to eliminate the overloads on routes 1 2 3 and 16. So we were able to create routes 16

05417 and 18. And that has eliminated those overcrowding issues. Also, I was able to find two uh 84 passenger um buses that we were able that are conventional uh that we've been able to put on routes one and two to increase the capacities for those two areas which is basically the southern part of the district. Um still um we are starting the roll out of transfinders. Uh we have uh thanks to your support we have uh a parcel our district employees can come in early. We're basically starting 2 days before the school year starts in order to bring them in make sure that their tablets are working. Uh all the bracketry and mounts and the card readers are already installed in the buses. So basically they'll have their tablet. They'll be able to install it.

055Their route is programmed into that tablet. So, if you have a substitute driver, it should do you turn by turn to get through your route. And also, each stop, the tablet will populate the number of students. When the students come in with their card, they'll scan that and then it'll enter them in the system. Uh, so then on the back end, back in our dispatch office, they'll be able to check that. So, um, if a parent calls and said, "Hey, uh, so and so, did they get on the bus this morning?" We're going to be able to tell them yes or no. Same thing when we drop off, they scan off, we're going to know that they're off the bus and where they are. So, we'll be able to track all that. And at some

056point in time, it would be fun to have you come over to our department because we have two giant monitors thanks to Mr. Bates uh that they have installed where we can actually see little dots where our little buses are, and it tells you exactly what time they were at each stop. So, when the parent calls and says, "The bus never came this morning to pick up my child." Well, we can look and see exactly what time the bus was there and we can also tell how many other students. So, you can then say to the parent, "Well, I don't understand it because the bus was there at 7:02 and nine other children got on." So, I think it did stop there. So, it's going to provide wonderful accountability for us. All right. you up

057to maintaining success which is this is really for this next year um uh let's see purchase of these two school buses. So okay that's requested and it's because I really want to keep our district on track. I don't want us to ever get into a position where we end up with such an aged fleet that we have to do such a large investment. If we get on track we do a couple buses a year now we'll be able to stay ahead of the game and even Mr. I don't know what it is, but every time I come over to the admin building, secure the treasury, lock the vault, Mr. Re is here buses trying to spend all the money. I advocate for the department because we cover so much geography. If we don't keep with

058the regular replacement plan, we'll get behind ourselves again. And I don't want us to ever to get into that position. uh transition the district- owned white fleet back to transportation for accountability and maintenance. Uh Mr. Diaz has talked to the transportation department about taking uh responsibility for the white fleet districtwide. So right now we have specific white fleet vehicles that are assigned to transportation and we have those on a regular maintenance schedule and we uh take care of their needs. But there are other white fleet vehicles in the district uh that um are not under the perview of the transportation department and so Mr. Vas has suggested that it would be appropriate for us to take some responsibility for those as well and get them on the regular maintenance uh program and review as well.

059Uh talking about we hopefully can trade in some additional uh older higher mileage units and again when I get to the statistical analysis I'll be able to demonstrate some of that to you. We are fully staffed. Um we do have our challenges, you know, with illnesses and things like that, but uh Tucson's been a wonderful support for us. So if we do get into a position, um we can always pull from resources in Tucson to get a driver out into the community. And um it's because of that that we've been able to cover all routes. We haven't had to cancel any routes. uh we've been able to cover all field and activity trips that were requested and approved which I think is very uh commendable and also we did have any department initiated cancellations of

060any activity trips we covered them all. So it used to be in the past if you know we're missing a driver the drivers were tired it's like well you want to do activities tonight oh let's just cancel and then Ruben would call me why are they canceling activities and so I'd go to my staff so why are you canceling activities oh the drivers what that's not being here for the children so that mindset has all been changed so and I'm very strict if there's going to be any cancellation it's not going to be initiated by our partner that's going to be initiated by the schools because we are here to serve the children of this community. If they want to participate in the activity, they should be able to do so and get home without

061inconveniencing their parents. So, that has been put into play. And then uh we're also we've u just been looking at some uh additional costsaving measures particularly in our shop. It used to be in the old days that they would if they bought one part they might buy five more. I think I still have six Chrysler alternators brand new in the box. But guess what? We don't own any Chryslers. So, we don't do that anymore. We buy as we need. We're not going to stock up inventory and have resources tied up on the shelf. So, we buy it as we need it. And then the other thing that we've been able to take uh advantage of is um our warranties because our new equipment has warranty. It's on them for 5 years. Uh, I'm very diligent

062about if we have warrantable issues, getting them back in for the warranty work, not delaying, not waiting, where then we lose that opportunity. I try and get that taken care of right away for us. Uh, statistical analysis if we could do that. >> Oh, is that another >> It should be another should be in there as well because I think this I wanted to show more. I don't remember seeing. >> Oh, it should have been in there with it. >> Yeah. >> I I haven't because it was not posted. >> Well, that should have been posted. It was >> waiting for Ben Sabala. Um but because it was not posted um I don't want to put the board. >> So let me share some information from the statistical report because I can present that. So

063um and I apologize that should have been in the very same attachment. So let me talk about the fleet for a minute. So this is just comparing last year to this year. So last year uh we had 21 district owned buses in the fleet. Uh this year we have 23. >> If you wanted to see your >> Well, that's it. Did it not? >> It was on the word document that had where we put all of our tracker. >> Yeah, it was on the tracker. >> William, I wanted if you wanted to see it. >> Excellent. Thank you. Appreciate that. And then we have we have 15 white fleets. So that includes the cars that sometimes our board members will drive the um uh multi-function activity buses. So we had 15 of those. This year

064we're down to 13. We lost the warrior one bus which uh expired. And then we also had one of our multi-unction activity buses white fleet that uh that hit the horse and we also retired that one as well with your support. The next area I want to to talk to you about is the uh age of the busley. And just to demonstrate some of the progress that we made, and I'm hoping that we'll be able to show you this report as well. Uh but in 2023, only 19% of our fleet was less than 5 years of age. We've gone from 19% to now 57% less than 5 years of age. So that is a remarkable change and you should be very proud of that. Um the 6 to 10 year uh age range uh we

065were at 58% back in 2023 24 this year we're at 21% so about a quarter of the fleet. But the other big piece that I want you to be aware of is the buses 10 years of age or older. We still have 25% of our in that category. So basically four of the fleet is still 10 years of age or over. We are running 19 routes and then of course we have uh 7 to 10 activity runs based upon participation. Average daily route miles have gone up. We're averaging uh just over 3,000 miles uh per day that we run. Uh activities add an additional approximately 730 miles to that. And uh just to give you a concept, our longest route, which is round 7, does 394 miles a day. So you put that into a

066school year, 180 uh day school year, that's 70 almost 71,000 miles that you'll put on that bus in one year. So that's route seven. So that's the one that goes to Pacino, Gua, uh Kuwan. Uh so it does a lot of mileage. Do you want any information from these pages? >> Oh, perfect. So, it actually did it. Was that was that disclosed? So, >> perfect. >> So, but does the board have access to the >> in board docs if they have it? >> I don't see it in here. >> You have to refresh it. >> Oh, okay. So that will and again hopefully you'll be able to to review that and um and take a good look at that and see >> um percentage of yellow fleet in each mileage category. Uh let's see did

067that. Yep. So that's actually on the board right there. So uh 43% of our fleet now is in the 0 to 50,000 mile 9% in the 50 to 100,000 mile. And then I highlighted in red for you uh where we're at with the 100 to 200,000 uh mileage range. We still have 48% of our fleet in that category. >> And that's why it's critical that we continue to update the fleet because those miles are just going to keep going up. >> And the the good news is is the 200,000 mile plus for our yellow fleet. Zero 0%. And I'm very proud proud of that. we were able to retire some of those really old units. Uh if we move to the fleet utilization, you'll see all those little green boxes there. So that that's comparing

068uh last year to this year. And so you can see basically these are our mainstream routes. Um so it excludes the commuter and any special needs or activities take homes, but that's basically looking at the capacity of the bus and then the number of students that it's transporting. And the reason you have greater than 100% is because uh you may have 50 kids to the high school and then you may do another run and have some additional students. So it covers the whole day and they're not all in there at the same time but it's just looking at a daily utilization based upon your capacity. And you can see that uh looks like your highest utilization is uh route 13 which is at 178%. your lowest utilization is route seven and that's the one that

069goes way out and it's about 77% utilization and um if you compare that to uh many uh urban districts you guys are doing great. So it basically means we're utilizing the capacity very efficiently. We're not running buses uh with very so our routes are being uh run efficiently. And if we u move on down a little bit then to uh personnel uh you can see that we have in 2425 there were 12 district employees. This year starting we're we have 11 uh contract employees. We had 16. This year we'll have 19 starting in the year. And then if we look at the white fleet that these are the multi-function activity buses these are the little white buses that uh coaches can drive uh teachers as long as they have the proper credentialing can use these.

070This is an area where we do have a need for the future. We do have uh A22 that has uh 220,000 mi starting this year. Uh we just have the four units. our newer unit uh A26 which was a 2022 model put 30,000 miles on it last year and the variance this is basically the miles that we put on each of those basically 100,000 miles that we put uh onto our uh a white fleet last year and then you can also see just beneath that the white fleet cars that are used by the transportation department in the district. Overall we put about 64,000 miles. area of concern there is Cardi 5457,000 miles on that. So at some point in the future, we would like to look at starting to replace uh some of those units.

071If we jumped in uh to let's see if we can go just a little bit further down. Following reflects the condition of the department. Uh no go back up a little bit. Let's see. Right. See following your flex. So there right perfect right there. So 23 regularly maintained yellow feed buses air conditioning uh 0 to five lease buses. So we started the year we did in the past have up to seven lease buses. Uh by the end of this school year by the acquisition of getting new equipment we got down to either zero or one which was very nice. So that's financial savings for the district. Uh, and it's because we've been able to modernize the fleet with more reliable equipment. We still have leased buses available to us to use if we need them.

072Um, but we're not dependent upon those. And so, basically, it's just if the district bus is broken down or needs to go in for warranty work, then we have something to backfill that without having to uh double routes or do something that would inconvenience our students. And um so we still have those available. We have the core operable white fleet. We do have 30 people in our department individuals to include director, assistant director, writing specialist, light fleet coordinator, office manager, two rotating diesel mechanics, and two dispatchers that have overlapping shifts. I think you'll recall back from earlier times, we had a one dispatcher who was there in the morning till all the buses got in the entire middle of the day was left without coverage and then we had a she would come back in

073the afternoon. So a huge portion of our day we didn't have good customer service. So by having the dispatchers both there at AM and PM their shift overlaps in the middle so that they can share information. This parent called this morning, we need to make sure this information gets to a PM driver. We have full coverage uh for our office. And then let's see if we bump to uh fleet composition. So that would be uh item number four, fleet composition. So we still, as I mentioned, have three of the uh the rear engine buses that are not designed for the environment. So we're doing as best as we can to keep those on paved surfaces. Um, we do have a our our team bus, uh, which is a rear engine, uh, but your director is

074very strict and he does not let that go out into the community on other routes to tear it up. So that we can send it out knowing that it'll be reliable uh for our students to get where the the seniors used it this year to go over to California and I didn't have to stay for night wondering if the bus was going to make it back, which was very nice. I knew they'd make it, so that was very rewarding. And then uh of course the transfiber which I talked a little bit about earlier. So we're on target. We have our drivers coming in. Will there be some bumps starting out? Probably. Uh there usually is with any type of new technology, but uh I think overall uh we're as set as we possibly can be

075and then we'll deal with issues as they come up. And just a few final thoughts I wanted to share with you. If you don't take away anything else from all this gibberish that I gave you today, uh I I want you to remember that the department hasn't had any cancellations. We haven't had any breakdowns that have impacted our students. Our maintenance team is doing an excellent job. Uh and that also could be reflected by a comment that was shared with me by our department of public safety inspector this last year. He came in, he said, "Mr. B, I cannot thank you enough." I said, "Why?" He said, "We used to come out here. I would have to spend three days of my time going through this fleet waiting for people to go and fix things

076that should have been done earlier. >> He says this year I was here half a day. Your fleet is completely done. So, thank you for giving me that time back. And uh so that is very reflective of the great job that we're doing. And I also wanted to share with you I I finally caught up with the waste oil guy that comes in and empties the tank. And uh so I asked them how often you came because they just slide in. They come into the yard, they take the used oil and they leave. it's a free service to the district that they provide. And uh so I finally caught him and I said you know how often do you come and you know we were sharing some information said I don't know what happened but

077he said like 2 years ago we'd come in and maybe get 30 gallons but he said like today I pulled 251 gallons out of your tank. Well that's because the vehicles are being serviced and maintained something that wasn't historically happening like it should have. And so uh that was a clear demonstration that our guys are doing what they need to do. Uh, I also had a bus dealer that came uh was sitting in my office and he said, "You know, I've been coming up to the district for 20 years and he said, 'I noticed you guys aren't fixing the cars for the people in the community anymore." I said, "What? Used to be Mercedes and and uh and all kinds of cars on the rack." And he said they, you know, that they would fix

078them for community members. I said, "Well, that is not the purpose of the transportation department. That's over. We don't we don't do that at all and I'm very strict on that as as well. I don't have any type of personal vehicles coming into the yard because you never want the perception even if it's just innocent and they're coming in there to put something in their butts. No, you park over in the lot and you don't bring that personal vehicle because you don't want people think, hey, what type of resources are taxpayer provided being used on perhaps somebody's personal car? So, no doesn't happen. >> Well, it's liability whatever. >> Oh, the Yes, absolutely. And um so I've talked about taking advantage of warranties, no breakdowns. Uh the superintendent was very supportive. They have re keyed

079the transportation maintenance facility uh because there was some concern about things not being there that had been there. And by having a re keyed and limiting access and of course when we get that electronic key uh that's going to be very nice because then I'll know who's coming and going but we have ratcheted down the access and I'm finding that you know supplies that have been purchased are still there uh as they should be. And with that I would be happy to answer any questions you may have. >> Board members are there any questions or comments? >> I have a question. Um just out of curiosity. >> Yes. >> So um you went over the routes and you have one through 18. You don't know what your routes are. Can you go over what >>

080what each one? >> Yes. >> Okay. So basically it would be a generalized location. So routes one and two cover the southern portion of the community. Route three uh covers the the big fields area. Route four uh runs uh the east side so towards uh S Javier um uh area. Route five. Five uh is a u a central route. Route six uh does uh central portion of the community. Route seven is west. Route 8 is far west. Route 12 is a route only in sales dedicated to elementary campus only. Route 13 is a route uh west and uh wheelchair. So that's includes our special needs student needs a wheelchair. Route 14 is a route that's dedicated that's again here in sales basically rentals uh and along main that's dedicated to our high school campus and

081to intermediate campus only. Route 15 is also a route dedicated to cells cells only and that one is dedicated to primary and intermediate only. no high school on that particular route. Route 16 uh covers um uh a new community in not big fields uh Cal that covers uh northwest and 18 uh covers uh central portion. So as you recall we had readjusted the way the routing was structured. It used to be that the students again would every bus would stop in sales before they would go out to their community. And we tried to just narrow down more like the sun. So we have buses just dedicated to sales and then the buses that are going out into the further areas geographically don't have to stop in sales and take the additional time so they can

082get our students more quickly. So it's the sun instead of the pie. So we don't have the pie anymore. Everyone stopping in sales. Very welcome. >> My other question was I just wondering about I think I have asked in the past regarding GSA. Have you ever thought of um getting DSA handles? You know, I know that with USA when you get those vehicles, there's a time where they have to be they, you know, they they they take them and they give you because of mileage or whatever. So, I don't know if that >> So, is that a leasing program then that TSA has available? >> I mean, I don't know. I mean, that, you know, you could maybe compare, you know, costs or whatever. always happy to do that. >> You know, staff and you

083know those type of I don't know. >> Are you familiar with other districts that do that at all? >> I don't know. >> Always happy to explore costsaving ideas. >> Yeah. So I'm just wondering if that comparable if you said some of those. >> Yes. >> I will certainly look into that and see you raise an issue that I'm not familiar with. It's been available to districts. I'll check into >> I know that the tribe and also the health is >> okay. Okay. Excellent. Thank you for us, >> huh? >> I know my security >> is provided by GSA. >> Is it GSA? >> Yeah, I'll get that from you. >> So, that was what I can't think of anything else. >> Um, I just wanted to say, um, in general that a lot of

084this information was very helpful to show the amount of mileage that you and the way you broke it down and in comparison to like what you have and then also like the older Boston buses. I think that's really helpful for us to continue consideration and knowing that has integration and we have to purchase more buses. Um I can definitely see an improvement. I remember my question the question was with their new system with the um >> transfer >> yeah transfer the students using that and I know you're going to run into hiccups from that. What is the protocol process if a student forgets their ID and not able to >> Well, given the board's uh objective of having at least 90% attendance, we're not going to leave the students by the side of the road.

085So, they will be brought in and instructed to go to the office. If they just forgot it for the day, our drivers know our students. Uh we're not going to just abandon them and leave them there. So, we're going to get them to school. Uh and then we'll just follow our standard procedure. If it's a secondary student uh and it's be starting to become a habitual problem, uh our team will reach out to parents and make sure the guardians get uh support uh for changing that behavior. But overall, uh my experience in other districts when they're when the students have the card, it they're very proud of that card. I mean, they like to use that card, you know, and then they swipe it and be, you know, they they really do like it. So,

086I don't think uh they'll be very much intentional that it's going to be unintentional ran through the washing machine or whatever. >> So, students have already been giving their cards or they giving them the first day of school. members of the board um board member Clark um and also members of the community um I want to use this opportunity um on Tuesday we approve the ID policy the ID policy it it does indicate that we will provide a free the first free ID um and the the we also have included a protocol in terms of cleaning if this is um a habit of not bringing it or that you forgotten, we have a system in place to repair replacing it, including the online payment. It's going to be a live dollar to be able to

087replace it. And starting in January, those payments could be done um for uh uh uh online. Um this is something that is going to come your way. Bear in mind, hey, we need your ID. We need your ID. We also with the support of IBC this she has reach out to Jan for students that are making event and they will be able to be replaced with expertise and collaboration of it. We also looking at what is going to be best or explore what is going to be the best systems in place for students with disabilities um to be able to see how we can maintain um either an ID or a bracelet or something so that they don't forget or the parents they don't have to worry about. So we are looking at different um

088different perspectives. Um we're not going to roll this out until the end of August until all the enrollment is done until we're doing enough marketing with the families so that we have better chances of being successful in the roll out. >> Say the bracelet probably would >> Yes, unless it's true. [Laughter] >> Details details. All right. Anything else in >> Yeah, I was just wondering about um I just compare comparing I I notic in your photo there's a lot more women than is is your >> Let me see what picture we included this year. And uh >> yes, I I believe that's a true statement. We do have more women in our department than we do men. >> But like my aunt taught me when I was very young. She said, "If you ever want

089anything done right, give it to the women. I'll get it done." >> There we go. >> Well, thank you. [Laughter] We are equal opportunity employer just you know as a side note that if you come into us and you can drive a bus and you love children and you love children we don't get things we're very happy to give you an opportunity regardless of of of gender but we do have a lot of >> because they have their own children I think they regard all the children >> they they really do. We do uh our drivers uh should be commended for the way they really adopt. They they don't even like I I've given them an opportunity to change around. Would you guys like to do a rotation? But they really have um ownership of

090the students that they have been transporting. They know that those are their kids. They know them and they want to make sure that they're getting to school and they know the families. Uh so they don't want to do a rotation. They want to stay with their kids. And to me that's that's commendable. That means there's a bond there between the driver and those children. They did a study I might have shared this with before in the past where they would look at um adults. They would go back and query them. You know what was the name of your first rate teacher? Second grade teacher. What was the name of your first bus driver? 80% could recall the bus driver. Less than 30% could recall the name of their first grade teacher. So that person they

091see at the very beginning of the day and the very end of the day can be very impactful on a child's life and uh we really do have you've got a good team that you should be proud of. So, how often do you evaluate your routes? Because I know that I'm assuming that a lot of the routes evaluate a lot of the new communities that are uprooting like >> we're probably going to need some more buses. So we have the new >> and so as best as possible we have uh develop the route so that we do have some capacity to uh accommodate changes of growth. So we're not running every bus at maximum capacity because then every time you have a new student come in you're you're having to change things. So they've been

092designed to accommodate some growth. Uh, but we do evaluate them. We have numbers on a daily basis from A.M., PM, so we can kind of track those. And the drivers are very good about bringing it to our attention. It's like, hey, I'm getting close to an overload. Then we start to look and see where we may either shift a stop that might have a significant uh amount of students. Uh, or if we need to get to the point where we add a route. Uh, but right now, we're pretty solid. And again, we have capacity built in for growth so that we're not constantly changing things. Successful transportation, consistent on-time performance. That's always our objective. Uh we've had uh over 98% on time performance, uh which I'm very proud of for our department. And when we

093have the transfinder, that's going to help us even further validate that where you'll be able to see uh that our buses are running on time so we can get our children to school. so that hopefully we have 90% attendance or more at each grade level. Um, if we could just get some of our parents on track, either put your kid on the bus so they get there on time or bring them on time to help our district achieve their goals. >> All right. >> Um, Mr. B, I just wanted to uh clarify uh you gave us the 18 votes, but um I had wrote down there's 19 roads. Am I wrong? So, no, that is correct and not you'll see on that utilization uh list that I've excluded some of the special needs runs uh

094because those routes um are doing smaller numbers of uh students and so we don't track the time uh on those like we do mainstream. So, route 19 is a special needs run. Uh I excluded the commuter uh route 9 uh 10 is a special needs run and 11 is a special needs run. So, I've taken those out uh because they're hauling spiral capacities and we spend additional time for those if the student uh needs help getting loaded or in a wheelchair that takes additional time. So, the what I've included for you really is our mainstream routes just to give you a sense of how those run. >> Okay. Thank you. Um also, um I did have a question. >> Yes. >> And I think Um well I guess this would be more uh to superintendent

095um with all the information that's been updated. I'm hoping that when uh we do attent that these updates will be part of the will be part of the template that we information because I think you know they need to see um as well as everyone how much we've improved in the in the transportation department. So, um, also, you know, Michelle, I I'm excited and I can't wait to see how the transfinder works, um, when we have your board up and you see all the, you know, tracking and stuff. So, um, I'm really and I and I think the kids will be excited to have that um, the ID part because it is it's true. It's new. It's going to be something new. So, and I know that um you know where we're moving moving with

096technology such as like where I work, I have to have my badge. If I'm going to get in the building before 8:00, I have to have my badge cuz um there's no way. So, that's good. And then and that's good for the high school students because they need to if they're going to go into the workforce, that's part of um preparing them. So, thank you for everything that you've done for us, Mr. B. Um, I really like the way our transportation has done. I see, you know, that you have scheduled maintenance and that's good and and getting rid of all of those buses that were in the in the lot there. You know, that's really it's really nice to see that part cleaned up. So, I want to thank you for that. And um Superintendent

097D uh proto fans. Um thank you for the reminder. I did put a note uh we do have um this year a lot to celebrate not only for transportation but also technology um but also um the sunrise house and some information that we we got yesterday. So I want all that updated but thank you for the reminder. I also want to piggy back and extend my appreciation uh for taking serious our partnership um and it's having um a partnership that is housed in Tucson and we have the privilege of having um the head of and the CEO to help us support and run um and and and being reliable, creating a system that can be predictable and being one of the departments that we were concerned the most and to be the one that um

098we don't have to worry about. It makes a difference because then we can focus on the areas that we supposed to. So, thank you for your partnership. Um also a reminder for the governing board as we roll out a transparent complaining about it. You you you will get those. So, um with that comes there's three steps. The first step the first stop uh reminded please make sure you contact the director of transportation. that doesn't work, you're a school administrator that doesn't work and then make sure you make an appointment with the superintendent. Um, we do anticipate uh some hiccups, right? We going to plan for the best and and they have been testing the system to reduce those, but if there are any of them, which we do anticipate, um please make sure that you're

099going to send them our way that we can address each one of them. And also we are running um we started a little bit late and we running a little bit behind. I want to make sure that I I respectful of your time on a Saturday. Um we will be um uh we are about um almost 40 minutes behind schedule. Um that way we can as we present the other sections we currently send all that time. Um I do have a request to please res uh stay a little bit longer because we're going to go over the audit. Um I know uh it yourself and finance there are three major customers for for the auditor general that I want to make sure that has any questions but we can address them directly. >> I'm happy

100to do that. >> I just wanted to say um Kathy brought up the information for Nathans. I think it's really helpful because you're talking about routes. I think what would be beneficial is creating a map with all the different routes and how many miles with the miles in there that you run on a daily because that would be beneficial >> and the growth of the roads that happen. >> Very happy to do that. And our transfinder actually can print out a map of each route and an overlay of showing each area that we serve. And it can all be colorcoded so you could have a single page visual to some show somebody reminding them that this community is as big as the state of Connecticut and we're running out of this one spot. So, it's

101a lot of geography and unless you're here, you're back in Washington DC or Phoenix, you may not realize uh the vast area that this community encompasses. So, all right. Well, thank you very much for I will stay um to for the honor portion superintendent. We're good to go. Thank you again. >> Okay. So uh we shall go ahead and uh go to item D finance grants 5ear protection. >> Good morning. >> Morning. Good morning. Good morning. >> Also here first present the grant update which is good and bad. So I added a slide in here with a little update. Um we received an email from the Arizona Department of Education uh July 3rd and several of our grants have been put on hold because of the the president holding back about 6.5 billion in um

102title funds. Uh these were actually approved funds for 2025 2026. They weren't in this the newest bill that passed, but um they are being withheld. And I have contacted AD several different people and I've gotten very vague responses. And so um you've probably seen it in the news that some several of the Tucson schools are being withheld a lot of money. Our current um amount that's being withheld is 185,000. Um so in the big scheme of things, it's not a lot. Uh title 2 is our it pays for PB professional development. Um title 4A is one that we usually just rolled into title one and so a lot of the times that will pay for things that are kind of outside salaries. So things like PD, summer school, um after school tutoring, that's usually what

103title 4 A and then title 4 B is actually a new grant this year that we that's the 21st century. So we've never had it in the past and well and now we were approved for it. However, now we don't have the money because it's also being withheld. And so that would have been about $90,000. And so um I that would be at the intermediate school. So, I spoke to Principal Beccay and we are going to hold off on starting the program because we don't know what's going to happen with the funding and that's a that's a five-year program. So, if we invest it, we would have to it's quite a bit of money that we'd have to pull from other areas. So, >> it's a final decision on that or you just have >>

104the answer I have gotten is to wait and see. And that's I I I can't I haven't I can't I don't have a lot of specific information about that. Um the good news is is that our title 1A which is our large portion of title funds that is approved and that's that is moving forward so we can move forward with that. That is where most of our salaries lie. Um and also our impact aid is it's approved. It's uh it will be funded for this coming year and most likely future years. And then I did I did like I did last year just kind of a fiveyear plan from the last five years including this year. Now, I made this before the the state sent us the email that things were being held. So, they

105are listed on this list. Um, but so I'm I'm keeping track of them as if we have them, but we don't. So, we haven't. But but this is kind of where we are. Yes. >> Oh, okay. Um, and if you look in here, um, in the grand scheme of things, we're not that far off from where we were last year. Um, one of the big things that has done is ESSER. It ended September 30th, so we no longer have ESSER in our budget. However, we did maximize ESSER to take a lot of spending from impact a so that we did use it and use all of it. Um, most of our grants are are similar. Uh, CSI has changed. It is no longer funding the primary school, intermediate school and uh middle school. Now it

106is only giving it's about 15,000 and that is for the alternative high school. It's a graduation grant now. Uh that's so that's a different um we do have now the systemic school improvement grant and that's kind of replacing the old CSI grant that is just the middle school and the intermediate school. >> Wait, excuse me. Which one was that? >> Uh systemic school improvement. >> What do you think? >> It's the middle school and the intermediate. So it it basically is replacing the old CSI grant. And so in order to get that money, they actually have to participate in a program through AD project momentum I think was what it's called. And then uh if you look further down, IDA basic and IDA prek, those are our ESS grants. Um they're similar. We did lose

107a little bit and that's mostly based on enrollment and so and we will have carryover too. So we should be well funded for our ESS program. Um CTE. So there's three grants we get for CTE. We get our CTE state grant. Um the CTE federal Perkins grant which took a pretty big hit. And then we also have our JTAG money. Um, our Jed is showing uh 221,000 but 50,000 of that is actually the the grant that we received for our uh auto program. >> So 50% of that it's older. >> Yeah. So that's mixed in there. And then um one of our new grants this year, we we did it several years ago, but the last couple years we haven't, is the fresh fruit and vegetable program. And so that will that will be for

108the K8 schools. >> Period one and period two. >> Yeah. So period one is like July through September 30th. And then the rest of it's the rest of the year. >> I'm not real sure. I guess they do that because the fiscal year, >> right? >> Um we still have our early literacy grant. We still have our our FTF, which is our prek, first things first. Um our the rise grant. This is the third year of our RISE grant. And so it it was one that actually was close to to decrease. So, uh we have 50,000 this year and this will be the last year for that. And then as Aaron had talked about earlier, our tech grants, those are the cops grants down at the bottom. And so we have to match about 25%

109of an impact for both of those. And then finally, our impact. Um I don't know the exact number. This is what the approximation is about 9.9 million. And it has to do with enrollment. >> Yeah. >> And then also what percent would we get >> paid? So that's that's all our money and grants. >> Any of those >> superintendent? Um, Miss uh Cornell, can you just guestimate or or share the impact of not having the school improvement grant? How much that was reduced and how much title one was reduced? That way we can get an idea and how the schools even though the we were used to that money. we have to now um operate differently based on the drastic reduction in the school improvement grant funds as well as um title one. >> Uh

110well, so I'll start with school improvement because that's where the biggest decrease was. So if you if you look back to like F 2023 2024, the CSI grant was 722,860,000. We were getting a lot of money for school improvement in those years. Last year it was cut drastically down to 159,000. So last year we took the biggest brunt of the the impact. And then this year because we lost one school cuz for good reason they're no longer in school improvement but and then also the other two schools their amounts was cut down to down to 27,000 each. So um also the CSI they changed what they will pay for. So they used to pay for a lot of conferences, travel, they would pay for full salaries. Now they will only pay for extra duty work

111basically is all that they will pay for. And so they we were able to get some S or um SFA paid out of it, but I had to actually go to them and ask them that they would pay for it. So they uh we've had to take a lot of salaries and move them into title one or move them into impact aid. Um so and then some of the a lot of the the positions that were being paid were empty and we just reduced them and did not rehire somebody. So it went it that was a big hit and that the biggest hit was last year but this year too we don't we've lost money. our title one um what's showing here the 1.4 million that's with the other things wrapped in and with carryover.

112So our initial title one allocation didn't drop tremendously. So, and then we will have about 180,000 carryover. And so, um, >> is that included in there? Is it 21? >> And in 2026, I did not include the carryover cuz we're still working through the grant. So, I don't know exactly what that number will be, but the number I took, the 1.4 million, that was from, I think, our winter retreat. And so, that included the carriage number in there. So our title one allocation we have lost money. Uh the biggest part of losing it would be the title 4A which I would always move into title one. So that's about 75,000 and that that's where a lot of the PD and travel and summer school and after school tutoring was paid from. Um we are trying

113to maximize title one to pay for salaries so that we aren't having to rip people and get rid of employees. So when people ask me if they can go on like travel or go to a PD, I have to let them know that uh we don't have the funding for that because we want to pay for salaries for people. Any other questions? Um I have are there any other areas that you anticipate that will be impacted from my grants? I don't I can't actually I can't guess what are um they haven't said anything about title six funding so I have not seen anything about that. uh everything that we get about impact a has been hasn't been super negative. So I don't I can't say that they're going to cut that. But I I I

114don't know. Um I can't predict what they're going to do on some of these things. It's just like what just happened. The 6.5 billion that they held back that was that's actually approved money and as of July 1st we were supposed to get it and that and the feds kept it from the state. So that that wasn't anticipated at all. >> Okay. >> Mr. um if you don't mind sharing a little bit of light even though it may not seem uh significant but um uh neglected and delinquent budget line. >> Oh the ND. >> Yeah. So, I'm not sure why we didn't I think it it might be part to do with the um the 6.5 billion that was held back. We used last year we got about five $5,000 and so um the neglected

115and dealing with we didn't get an allocation yet for this year. And so, and I'm I'm not sure exactly why. I think it's also has to do with the withheld money. So that that's money that kind of goes for our Mckenn students generally. Um but I do have money for them in title one. I do have a line for supplies for McKenna. So it wasn't completely like deleted. I still have and then we still pay for our apparent leaison our director. So that's all in title one. So even though we lost that 5,000 for neglected and delinquent, it's the the primary needs are still covered in China. >> Any other questions from the board? >> So I covered most of this from my three-year plan. um the initiatives that we're still we're still continuing to

116cover with grants. Um even with the new cuts and the whole um we still want to to support effective and relevant instruction. Um we pay a portion out of grants for district math and ELA coaches. We will continue to provide resources for the schools. So I still have supplies, resources and title one for the schools. um beyond textbooks and other resources that they need. I still try to keep in title one even with the cuts happening. Uh we want to provide positively supported school climates. So that includes you know the director counselors behavior specialists even though most of their salaries have now moved into impact a we still try to keep portions when I can in the other grants. uh we want to support professional development. That's probably the biggest area that has been cut.

117So that that is going to be less support this year right now, but when we do get extra money, that's what where it will go. And then finally, culture and community involvement. Um we pay for our culture teachers with the not not the HIMD dog teachers, the culture teachers are paid out of title six. our family and community director, our district parent liaison, and then all the parent and community events. A lot of that money comes from title six. So, we want to continue to support where we can questions. >> Any other questions? [Music] >> You said him and culture. How was that different? Is that the same thing? >> So, Our handgun teachers are the cert certified and so they're paid with donations. >> Oh, >> and then the ones that are not certified

118>> Titus, >> the culture teachers, they they're paid out of Titus. >> Okay. >> Um I have a I have a question. Maybe this is something that's going to glad you kid. Not you particularly Ruben. Considering the the information and the data I think that we receive from how our funding is actually allocated. If you know as you've seen a lot of our allocation is moving out outside of the actual academics. Is that something that we're going to I think we need to make sure we're we're we're reviewing and continuing to ensure that it instructional um instructional needs in the budget has been increased as opposed to over the past 3 years as we look at trends has been decreasing just based on what the the state has provided. So, and I know I know

119I know I know you are chipping away at it and doing different things, but specifically on your end, I want to say I know what we used to hear from the previous um what is it called? Federal grants director. Um it is it is imperative to be able to be like no specifically to those types of things. I know you're I know you're you're tuned, but what but is specifically requesting that anything that is proposed is specifically tied to an actual need for instruction or curriculum? >> Yeah. Well, and look, a lot of the grants, they're very restrictive on things. So, it's it's easy for me to say no because >> don't fit. >> Yeah. This is this is not in a grant. We can't pay for that. So, um, the grants that we do

120have, ESRE was the one that was the one thing that was very flexible. We can pay for it. It's not anything worth it. It's done. It's over. So now with title one and all, title six, all of those grants, they're not not very flexible. They're not as flexible at all. >> So, in regards to some of those that are sun setting, I know that we were maybe we talked about it a little bit just for just because my thought might be a little different. acquisition of more is that who who does that who who I guess how are we looking at and providing and looking at different dynamic spreading streams that we can because also one of the things that I noted as well is a lot of our positions are tied to some of

121those and when those positions are done I don't I don't know that we can keep moving them over to impact 8 because again we're going to need impact 8 if anything else gets cut, we had to start having those tough decisions. So, that was one of the things I think I would like to see if we're going to do the um retreat in October is is to kind of look at where we at based on when we come into the new school year and start to have the discussion about those sunsets and I guess at some point talk about, you know, reductions in force and whatever needs to come from that because we we're we've been in this place of, oh, we'll just put an end and sooner or later we don't, like you said,

122we don't know where where that's going to continue. So, I'd like to really kind of have an edge up on how that's going to look in the long term. I know you already probably already kind of have an idea. >> Well, most of a lot the title one can't really pay for a full FTE. So, all those FTE are generally split. >> Oh, >> with in title one and elsewhere, either another grant or impact a some cases. I guess that that would be it. Not really in >> they're generally split funded. I I'm not really in title one. They don't like to have a full 100% FTE. >> I guess the other thing that I would like to see maybe maybe do you team up with us on is how do we go and start

123to advocate at the state level on our behalf. I know there there are groups that do it, but I think specifically for our campus district, I'm looking at from the board's perspective. I know that y'all are doing what you need to do, but I think that there's an opportunity for us as a political um arm to whether it's proposing certain things that we need to do that kind of help to strengthen what you all need. Um but specifically, what can the board do to really press on advocating and pushing these things? And one of the great things I think that you all really kind of helped to do is putting together all that data and information when we present that information to to I'm really glad that you're keeping exploding. >> I know he's exploding.

124>> Um you bringing very important points, President Ma. Um I want the Italian board to continue to u collaborate with us uh and continue to keep in mind um we need to number one look at what is one of the items that require some safety issues um that will always take priority. We still have a list of of list of priorities that we will see when um the director of uh operations comes. Um we are finalizing our phase of repairs in moving into maintenance. So, anything that has to do with that um let's get it let's get our facilities to the repair uh level. Um I mean from the repair status to the maintenance level. Um also one of the things that we continue to look at um what is it that we need to

125be able to sustain uh salaries that are competitive so that we can continue to attract and retain staff. Um and um any emergencies that come from um the left the field um what we are what we need to begin is to start looking at how do we conduct businesses in the past based on the different sources of funding. It was it was great that we were able to afford and say yes we continue to proceed. Like I said yesterday, um right now what I want to make sure is let's get good at whatever we all the treatments that we went to. Uh let's master those. Um and and and if there's anything that is relatively necessary, um I I want to point out how um there have been some grants available that our administrators have

126been able to seek. Um everybody's going to need money. Everybody's going to need additional money, but there also there's areas in which we need to continue to have uh to like the 21st century was a grant that was available. Uh one of our schools took advantage of it. Um some trainings some of our principles have already beaten the scholarships to be able to say this is what I want for my school and some of the uh there's some scholarships available. So if it's not only necessary, we need to continue to promote uh doing it differently. Um and we do have set budgets um and and we almost we need to in terms of our uh reserves um that also going to free some additional monies. Um I I I want to reassure and things you

127support. We being frugal and making cuts and adjustment adjustments to be able to maintain the operation of the district. um at what point? Yes. Um I I will be the first one to come to to the board and say um based on everything that is sunseting and and based on the lack of the fund needs to take some drastic uh step and we'll look at all of the options at that point. >> Well, I'd like to avoid the drastic like point of view. You know what I mean? Because I feel like we can start to chip away or be very upfront. Um so that's the intention of saying it. I don't want to make a sound alarm, but I do want to say that we took time, consideration, and we're not making moves that are

128going to be considered drastic. I think they need to be considered in a sense of these are these are this is the best way that we can move forward in order to continue to to not only educate, but give our students what they need in order to be successful. And how and where is everyone else being prepared to ultimately take on some extra extra and and eventually I'll have to do it. Um, so that that was the point. The other thing that I that I was thinking as we were talking is one of the things I would like to ask is if it'd be advantageous as well to start to look at that that proposed um opportunity to set bucket specifically for overtime and not not to not to go over that. Um so that

129you'll have you have the you are empowered by the by the us to say this is the standard I mean this is what we're expecting and when and when you are going over that maybe that is considered you know what I mean you know what I mean I mean because I I understand where yes there are things that are necessary for for student um or school operation or whatever it may be but those time management or just not getting to it and waiting for it. You need to do it after start, you know, raining it in especially and I know you're doing that, but I think whatever we can do as sport to help support that, that would be great. Thanks. >> Yeah. [Music] >> Anything else from the board? >> If not, thank you

130so much. >> Thank you, Miss >> I was going to call. Thank you. Give it up now for Mad. [Applause] >> Good morning. Board member. Oh, good. Okay. So, this is just a a spreadsheet that shows five years out um and more. If you look at fiscal year 2025, it's it looks really weird because um as I stated before, when we had the approval of the budget for fiscal year 26, we were advised by our consultant to go ahead and maximize. So if you look at the expenditures for 2025, they're at 13 million. And that's to burn down the excess cash that we had due to the ESRE grants being maximized. So we didn't want the state to think, hey, how about all this money? They don't get um so I think that we want

131to I I'm kind of freaked out a little bit. So, the previous year we had close to $4 million carry forward and this year um we were advised to just spend it down, but I'm I'm very conservative. So, I'm moving at least 475,000. I'm hoping close to it. And what we're doing is we're moving expenditures from impact aid. So we are saving money in impacting but we're hoping to build that bucket for emergencies for raining for whatever um but still continue to be very frugal and conservative. So if you look at impact day uh you can see that it's increasing um year to year and I'm getting like 350,000 carried forward in each year for for M& so we go to fiscal year 2030 we're seeing about um 21 million in impact a if if

132we follow our own projections and continue to have a 350,000 carry forward in M and embedded in the increases every year is the 2% increase that we're getting from state equalization at we have to get at a minimum. Are there any questions related to this session? >> Yes. >> Miss B. >> Um I don't have any questions but um I do just kind of want to want to um say that you know moving forward with everything happening the government and stuff. I'm glad that there's a plan in place that um that you're being, you know, keeping the amount that you gave for this coming year in hopes that something's going to change and it's going to get better, but if not, at least we have something to fall back on. >> Yes. And so also

133embedded in the projection is a decrease in ADM. So the good thing is if we do get more than we projected then naturally we'll have more money to spend too and that's in grants and impact a m so that's the projection so you can look there it started in 2015 the ADM and how it's changed over the years I don't know how correct it was before but um so in fiscal year 2025 5 we had the 935 that was from the most recent and I just when I um projected the budget that you all approved it was with almost a 4% decrease so that if we get more than the 839 ADM then we'll we'll be in a good place. >> No, I was just wondering about the ADM. Um I know it has to

134do with um attendance. Yes, it's average daily membership >> average daily membership and yet our increase in regards to impact number but then the ADM >> well that's that's impact date is calculated by the highest enrollment date so that that >> but it also is impact uh attendance impact >> well impact date is enrollment not attendance so it's a little bit different and and we get to choose the highest enrollment dates. >> So So these are calculated a little bit different. So it's based on the 40th and 100th day specifically and they don't have those restrictions in the package. It's the highest enrollment date within a a specific period >> and so they can pick the highest date. Well, they we choose to of course to get more money. >> Yeah. So it's calculating different

135enrollment. >> You're welcome. >> Anything else? >> That's it. >> Oh, really? >> Let's slide. Well, there's another side and it's basically saying that we're going to support whatever the goals are in our department um by providing the services that we provide uh the purchase order, the accounts payable, HR payroll. So, go ahead. >> Oh, yes. I guess basically I was just thinking uh what what is um in regards to uh stuff that's like the uh for you know and all that stuff compared to what the grants are how much of that I mean are we is it half grants and half is it more than >> so like if I just look at uh impact a and m is probably like 50/50. >> So, anything that comes in with grants, it's above and beyond.

136It's grading. It's things, you know, above and beyond our standards, things that we get to do with money that we wouldn't have gotten otherwise. So, um I don't know if it's like what the percentage is that we can figure that out. >> Yeah. So, we we're very very lucky right now with the grant funds that we are getting again. So like the positions that are in there are typically um above the standards and that's why Mr. Wenda is correct in stating that we need to plan in case you know those go away and those should not be absorbed. >> Yeah. And I guess in regards to your statement, I guess I know you you stated that you know what more if if you were to let people vote then other people will have to take

137over and yet still have to pay them >> to do the >> Well, some some wouldn't be. I mean, if if there's a position that's being eliminated, it's um just something extra that will go away if the funding is not there and will not be absorbed. >> I feel like we've made some some I definitely want to say by creating and being being open to the proposal of district intervention as opposed to site intervention, this might help. This is my my opinion, but I get, you know, what you're saying is like those are things that are almost like, okay, we wish we had interventions, but we kind of have to be more mindful of how we're doing it now. You know what I mean? So, I I I see what you're saying and I know

138it's not something anybody wants to hear or talk about. However, um did you do the audits? >> The what >> audits? >> You missed it. I'm just kidding. But I think a lot of it had to do with um you know your chart that you came up with that all these entities create what are you know the goals of what we want our students to accomplish. So a lot of the extra I think also >> go ahead Mr. Yes, president. Um I think it'll be beneficial so we can go back and maybe in October as well as part of that one uh review. Um it is what is required by the state and how bubble unified school district is supplementing so we can see what those extras are so we can get better idea. I

139want to express confidence that we do have a projection that is helping us guide the decisions that we're making. Um but I want our decisions to be based on on on that on on those facts. Um and and and I don't want to wake up the fears but say because of where the budget is heading is as possible solutions we will continue to provide what is expected and to do everything we can uh to either provide those services um as as needed and or through the district. uh just the same way that we knew we were not going to be able to sustain the cis in every single school and now we're providing that support to the district there are just like that there are other services uh that we provide um but I think

140if you are open to that then we can provide that analysis of the standards of what is expected what is paid to know what is paid to uh I pay uh you know the grants um that shows what is the extra um the enhancements of we being privileged to to have as a district here. >> No, I I I want to make sure that it's clear that I have no I'm not here trying to be wholehearted, but that was one of the things that the summer leadership institute really kind of looked at and kind of kept repeating was as the board you have to separate your heart from what your responsibility is to continue the education that not just well we like that so let's keep it. And I was like, you know, we do

141have that conversation a lot. We do love these things and we want them, but at some point we had to make we had to be the decision makers and the mindful ones to say here's what here's here's what we will love and here's what we can do. We can't keep and that's what got some districts in trouble which which again was what what they were saying is that district cut board. Didn't want to deal with it. They didn't want to be the bad guy. So what they kept doing was pushing it off and it became really bad. So I'm like, okay, that opens my eyes to be like, I love the things that we're doing and I can't I can't I wish they would never go away. But now when I went back to look

142at the audit findings and some of the recommendations, I'm like, okay, I'm looking away from them because I don't want that. Like that's not in my heart. I don't want to close any schools. But is that something we really need to be considering based on where we're at? I will never say this to me. We're not in such a focus time with our governments. They're just so unpredictable that it makes me want to make sure that we're on a solid foot. And that's the main thing that we're here for. So my that's the only reason, you know, I I know people will start to say that mean somehow because we know from the community standpoint, but I'm hopeful that that comes across to to you, superintendent, and to everyone else is that I'm not here

143to do that. I'm not here to sound alarms, but what I am here to say is that sound understanding that we have to go and we do we learn these things at at conferences does have a reflection on how we move forward here. And I know Miss Sylvia and I agree cuz I think we've had so much really great things that that you showed us that all helped to contribute like you said some of that extra stuff that we're just been really blessed to have and at some point we've been looking at the projection and things that are sun setting and we had a wonderful time with Esther. However, those things are away. We don't even know what exactly it's going to be. Um, so when you go, you need to >> tell them I'll

144be crying. >> That's that's from me. I don't want to, you know. Thank you. Go ahead. >> No, I just going back to um the grants and travel and whatnot. I could I I asked at the end was that um so do schools are do school different schools um have a budget for travel I mean they have to plan obviously >> I mean that come out of grants that come out of their >> right now they don't >> right now Okay. >> Yeah. She she goes to it on an annual basis and then here's a number here's how you can spend it and then it's up to them to Yeah. >> Mr. D. um as a board >> as a board I I know you understand um how important every single aspect it is and

145and we will hear testimonies are my budget has been cut or I need more money or that >> right >> and and and like president says um we we making those projections and yet we're cutting the budgets accordingly. So it is hard to do it but nevertheless they're necessary for the uh future and and the financial stability of the district. um if we get it again at one point. Right now, like I said, the priorities that I have in mind, it is the safety, the repairs um as well as the uh salaries for our staff. Um based by the way we have it set up, it's um in the next year or so, we will start to see how more money is going to start coming back to the schools and to the district um

146based on how we increase our our bottom line. Um that's also subject to not additional cuts from the government. >> Well, part of that too leads into how much I'm I'm pressing on us partnering with the nation. If we can get kids in the schools and we can get our attendance up and we can get enrollment up, those are going to start to like help us. These are the things we're having to deal with because we're not getting support from them to get the kids in. We have transportation. We have amazing, you know, like efforts that we're doing. They're just leaving those kids butts and seats >> and we're >> and they're on time >> All the time. You know what I mean? So, we we I think we're in the right. I feel like

147we've been I feel like the effort that's been made with the administration really kind of puts into perspective for me where we can try to support and that is again where that political realm kind of comes into play. >> Put a proposal together. >> Yep. >> I think you want to take a man. No, I know. At this point, it's like we asked, now we're going to demand. >> Thank you. >> What's audience? I don't know. >> Um, the the there were two over here. Oh, >> and there they are on the side pocket. Um and if you don't mind um then pulling out my presentation from yesterday specifically with the four areas of the [Music] >> you want the cap one and cap 2. >> Yes. >> But it yes I need those two

148but I also in my presentation from yesterday um outlining the four different areas uh of the audit. Okay. So, pull up cap one and cap two. And then you have to go to July 11th. >> And >> no, not that one. Not that one. >> Cap one and cap 2. >> Uh, first one's not. >> he doesn't have access >> to the caps. >> Yeah. You'll see a message for capir. >> Cap two. >> Yeah, I see it. >> Refresh. >> Okay. Okay. So now you have to go back on the agenda uh change it to the 11th >> the summer border treatment. Uh and then go to which part? Uh threeear plan. >> Uh go to instruction. No. No. Uh, >> I'm not. Trident. A >> go up to B. BB. >> Was it?

149>> B. >> Yes. Take a break. >> Nothing. >> Take a break. >> Take a minute break. >> I'm not sure which one he wants. >> Is this it? >> That is the one I need. Correct. And I did it on >> Thank you. Oh, >> it's a seller signature right there. I just missed it. Sign just like you did here. Just >> And I apologize. I should have caught that. >> You heard times charm. I may see you again. Thank you. What are you going on break? I'm like one and a half right now. What's going on? I don't see the cursor. >> I need it on page 20 if you don't mind. I need it display page. >> I think so. Yeah. Let me look. >> Sorry. >> She'll let you know. >>

150Okay. I'll take a look. >> You can use the arrows to change. >> Will I get sometimes next month? >> 1 2 3 4. >> Okay. >> I'll text you. >> All right. [Music] Where did you go? >> When are you coming back? [Music] >> Oh, okay. is part of the um management proc uh procedures part of this >> audit. >> I know. >> Okay, good. I was going to ask you about that >> right now. And then I have another one next week [Music] to be ready. Are the kids enjoying themselves? [Music] When are you going to get rid of them for school or when they go back to school? They're going back to school next week. Oh, are they ready? >> Yeah. >> I think it get started. >> Okay, I'll let you

151know. Where are you? >> Can you find it? >> Oh, okay. >> All right. Well, I'll find you back. [Music] follow. [Music] >> Um, yesterday I was able to um talk a little bit about this particular page um and the frustration that we're facing in trying to get rid of this STD. Please >> of this special turbulent development with the >> with the um >> auditor general >> um and we provided also uh the the two supporting documents. Um I mentioned that we still waiting to hear from the first part that let me can I correct me if I'm wrong all the feedback from the first part. Um but what I uh the process how long is going to take I'm not very confident that it's going to go fast. Um but these are the

152four categories that we're trying to address. So at this point I'm going to ask um for the first part it has to do with finance. um and and pleasantly if you don't mind summarizing what we have provided on the cap um and our next steps. So, I agree with Ruben as far as the the timing. I feel like there's no sense of urgency, but okay. So, when you get a 90-day letter, you have 90 days to make corrections. And we were like freaking out. Okay, tell us what we need to do. So, we did provide all our processes and procedures. And then from that point, they said, "Okay, everything looks good now. I we want documentation which it was very minimal what they uh requested but we sent it the same day and we haven't

153heard from back and that them and that was like two weeks ago but they did state that what they wanted to have evidence of all our documentation ready fiscal year but they need to have 3 months worth of documentation while the year just started. So that means July, August, September, so sometime in October, which is long past the 90day period, is when they're going to continue with requesting documentation. So that's where we're at. Um, a lot of the accounting records, cash and revenue, for whatever reason, was not being done monthly or um in fiscal year 2024. And so we showed the evidence. Yes, it's being conducted monthly. All the reconciliations with the county are being done monthly. All the back reconciliations are being done monthly. Um we provided our credit card policy and procedures. We

154provided the logs and again we're just waiting for to hear back from them to see what else they need from us. But as soon as they send us um a request, we upload the information the same thing. So, we're talking right now about the 90-day letter, but in regards to the performance audit, I got an email yesterday for the for us to resend something that we had already sent. And that's also something that keeps happening. It's like we uploaded and they're like, can you send it again, please? So, this was like at least a month ago that we provided transportation information and then they asked us for the bugs again and all we can do is just send it again. So that's where we're at with that. >> Thank you. >> Um the second part

155is >> I'm sorry. >> No, I was just And that's all you can do is just I mean from what I'm hearing is just uploading the same thing that you said and I guess so many times. But that happened. >> Oh, >> it happens a lot. And and four, five Oh, it happens a lot. And it's not an email either because it's a portal that we have to upload. >> So what I've been doing is now taking a screenshot, saving it. You know, I don't know why it's not going to solve or help out in any way, but it it is very frustrating. >> Yes. So they have a portal um and they have different portals for one for the performance and one for the 40 the 90day letter. So it's two different portals that

156we have to keep toggling back and forth and not mixed up. >> And and are is our auditor any in any way assistant with this or our end? >> No. No. So what happened with the 2024 is the reason we got the the 90day it was based on the 2024 audit from our auditors. So they saw that we had a lot of findings and um the auditors for fiscal year 2025. We have a preliminary audit that coming in um at the last part of the month in August and then they're going to finalize it in December which will then preclude what the auditor or the agent's office is going to be looking at fiscal year 2025 as well. Are there any questions? >> Um this part it it it's the best way I can describe

157it is in two phases is it it requires fixing some items which we have made every effort in in in in providing the evidence that we have corrected those items. Um and as a result of correcting those of item um moving forward, they're asking for some um detailed information in changing our procedures such as um addresses that we may not have such as um now license plates that the some minor details um but I'm very confident about not only the procedures in place, the oversight, Clementina payroll and purchasing is doing but we I feel confident that we have fulfilled this finding um in technology in the area of technology I'm going to ask Aaron to give us an update of what he have has provided uh to the auditor general um and that is also

158ruled that capital >> right so we have made several changes uh to address the findings. The one I don't have them in front of me, but um everything from securing the server rooms, we of course we had changed the the lock key on that and then we >> were told that we also needed that we did take care of that piece. There was I'm going to pull up the cap because that help Okay. >> But in case the father goes to zero system. >> So for the um for the student uh accountability and reporting piece um we had it looks like for findings in that area. We have um Eugene Park with Highfield Reach coming this Wednesday. We have issued a purchase order for them to come down and train all of the office managers

159in person. Um so we are excited for that because they're going to get one-on-one direct training with with the specialists to ensure that those things get taken care of. Now, some of these findings going back 10, 11, 12 years, it's a continued issue. Um, biggest one being we're not dropping students within the required 10 days. We're not doing residency. Those are all things. So that's why the student registration thing that we changed we talked about earlier enhancing that process. Parents cannot look forward without money. So So they cannot complete the registration process without So I think it's page 11. Um 11 or 12. Page 12. So, um, all of those pieces are are really being directly addressed with that training. Now, one of the difficulties we have as the IT department is we cannot do

160that job for them for the school secretaries. They have to do that and and they're the ones that have to make sure they're doing that thoroughly. So, so we will continue to pro provide guidance from the state accountability side. that is the part that we're handling as part of our duties is ensuring that we're reporting the data and state is accurate and um we cannot take care of the data that's in. So again we are we are charged with facilitating the training and ensuring that they have all successful. So um all right so we're going to move to the IT findings. We have some findings related to um employees having too much access within the financial software. um we have made additional permissions changes within that software. Um that can be rather tricky if we

161have uh staff doing duplicate duties or doing any kind of overlap as we don't want somebody being able to create a vendor and be a vendor. You know, those are all separations that we need to maintain in place. Uh we this was specifically related to some permissions within the payroll piece. We had too many people that just had access to to complete a payroll certification. Um, so additional changes have been made. Um, I think Clementina kind of talked about it earlier. We'll then next time we're asked for it, we'll send that list of permissions that we give them. It's a 125 page list of every permission in the system. The AG will review that and then they will then when they decide to get back to us and say this was sufficient or not. So

162it's one we just have to wait and see whether whether the changes we made are sufficient within that area. Um so we had um accounting system employees um and this one addressed um whether we were removing access for employees or not. Um this goes back to 2023. We we use single sign on a lot of our systems where we use Google to control who gets in and out. So sometimes we were just disabling the Google account and not the account in the actual system. So that is something that we we went from having 17 of those of previously and I think we we had two this last time. So we're getting a little bit better about that. Um one here oh and forming strong password standards. That's something that we resolved and implemented. Um we

163ensure that all systems are sent to the the latest industry standards. you all um did I think adopt or approve the annual policy that's directly related to this to ensure that we have this policy that's adopted by place to address that. Uh one thing we ran into as I said one thing we mentioned in there was excluding specific passwords our systems Google and Microsoft do not give us the ability to actually go in and exclude those. We are just saying these are excluding the user. We can't we can't enforce that if we don't know what the person's password is which we're never going to ask. So we're just, you know, best practice, don't use these passwords. These are bad passwords. Use that. So that's something we had to explain on that last response to that.

164No, we can't go in there and you put in a system. No, you can't use them. We're just saying. So um it generated uh reports were not always uh reviewed during the year. We have a procedure that was put in place for that one. So I'm I'm strongly confident that that one's going to drop off because we are we were doing it. We just weren't putting it on a track sheet. So we have a tracking sheet that tracks all of our log monitoring. We go in, you know, okay, all the time we check to see who's been logging in, who logged in from, you know, just looking at all those logs. Um, so the disaster recovery contingency planning piece, that's the biggest one that we are working to address. And what that is, we have

165to put out scenarios at least once per year and uh hypothetical um disaster. So we and that's what they call testing the plan. So example is we have to say okay transfinders down for a week what are we going to do um if the financial software goes down for what are we going to do so we need to actually work through those scenarios document that and use that to improve our processes as you know and it makes perfect sense because districts you've heard about districts having big hacks you know they've lost access to their data systems for days weeks months um and you know not ever having planned for that can make that prolong that process so so that's something we're excited to do. It's something that that's definitely necessary. Um so, you know, it's

166it's helping us. You know, this this process is a learning experience. We're we're going to come out of the unknown with this better and stronger than we ever were before. So, um so we're just going to continue to to work towards that. Not only for the AG, a lot of these things, like I said, are things that we need to improve on regardless of what the AG, you know, may say. We we need to be exceeding their standards. Um, that's something that I fully believe in that I want to be above and beyond these standards not because these kind of to me are the very minimum. So, it's, you know, we want, as I said, it's been a struggle because I've always I always want to be ahead of and with this process, we've unfortunately

167been on the other side of that and it's been that's been pretty painful. So, so I appreciate everyone's support and and us getting through this. Um, you know, I assure you we're going to work diligently to to make progress and So >> one thing is one thing and I'm very appreciative of the last the last portion of the presentation is just that the intention of you know explaining how you should I think it's important because I feel like the board 100% now is aware Mr. I'm going to you're only employee here, but I want to make sure that it's especially noted that those types of things now in the purview of the board is definitely something that we're going to ask where is that or at least be be assured that things care for. I

168know you you definitely whenever we have a conversation always share you know you have I love your spreadsheets but you always have something ready to present to say here what we're doing how we're going to do it take care but I think those things that were expressly talked about which Mr. and share like bringing in individuals to help train now you have the tools the resources there should be no excuse that you're having these difficulties and if you are you can say that you are so that we can help if not and we get to the point where you're just not doing it have to ask you because you're the only one that we can ask what are we doing so I appreciate that and I think that that's just what I wanted to make

169sure anything else for >> I guess is what I'm hearing um is that they're asking you to have some type of backup system >> to to the different sorry to to the processing that we have electronically. >> Okay. And that's that's a big deal because with uh the requirement of IBI us having so much information and then relying on it, we still need to make sure we operate without >> and and that's something that >> to a point it's not possible to fully operate, but we need to >> not the thing with the phones whenever they kind of have an issue like there was a point where there's no ground or something happened. Yeah, >> because we're connect but I know that you're you know I know you all are like going through it now

170and trying to make sure that things are taken care of so have access but that's the point and I think even the state or those that that wrote laws or policies previously sometimes no one considered that technology really advance quickly fast and we have to go bust them out and protect it. So glad that you're there. I was just going to say I know that there are things like one thing that you're going to run into and I know earlier like I remember restoring and trying to move away from it because it was a big time to get over it. So just to keep that in mind. That's true. I don't want to be technology because of our can you take me back to uh my presentation. Um in the next area uh is now

171uh transportation um uh transportation and procurement student attendance. So I'm going to bring right now transportation um and everything that Mr. should be in the list that they're working on um related to um responding to the auditor general and what's new based on the recommendations for the general most uh if you don't mind starting with the means the mileage um and what we locate that we propose Okay. So, one of the areas where there was a weakness was uh in the maintenance section and actually having everything logged and recorded. Something that we inherited. Uh the excuse when we came in from the prior wiping mechanic was there been power outage and and everything had been documented and kept electronically and uh so all records were lost. I couldn't verify that one way or another. about

172what we have done. Uh we have implemented a new process. I do keep um as a backup everything as a hard copy. So I do have auditable uh proof records that the auditor general has looked at relative to the maintenance. Uh so that if we do have any power outages, we do have everything uh in a hard copy file. Uh and then we have implemented uh for this next year uh electronic system as well that we will be able to have our mechanics use tablets uh to record specific uh repairs and maintenance so that that's documented in electronic format. But uh again not being my first rodeo we're going to keep hard copies as well. That way if we don't have power we always have a pretty much record. Uh same thing was true with

173with mileages. There was no mileage records uh kept in the department prior to my arrival in September of 2023. So we didn't have anything from uh the prior two years. Uh I did spend some time going through some mainten records which I located from the past in a box that also contained a significant number of termites. I was able to reconstruct from that paperwork uh the mileage as of June 30th for the two years prior to our uh relationship with Beine. I wasn't here to actually um grade those. In addition, uh another area that they were concerned was the documentation for uh individuals using the white fleet. So it's true for board members, for teachers, for the superintendent. uh we do have to have unfiled before you can utilize a white fleet vehicle uh copy

174of your 39 month NBR and your driver's license. And again, that's in an effort to make sure you don't have a list of DUIs or there will be some risk or liability to the district and have someone utilizing a white fleet vehicle that perhaps shouldn't be. And so we're very strict on that policy now and uh making sure that if you do want to use a district-own white vehicle, we do have to have that documentation on file before we let you take the car if you don't have it. We're going to apologize and you're going to have to take another means of transportation until that's reported. Of course, Miss Hendris is very good about getting hers in efficiently on time. So, uh she always gets that even before I ask for it. And um so

175that change has been implemented. a little bit of feedback um from uh end users and not being happy with the process but it's what we need to do and and the performance is going to help support the district and making sure that that that's done properly. We also um are making sure that we have the appropriate approvals as we go through the process. the department probably was lacking in the past and it was really a policy change because we would have principles um signing off for some of their own usage and that and at the end of the day Mr. is is the ultimate um approver. And so if a principal is looking for authorization to use a vehicle, they do have to have it signed off by the superintendent as well, so that he

176can affirm that it's a legitimate use for a training or whatever it may be. So we're we're also strict there. It's like, you know, we appreciate your request, but you do have to go one step further, have your designated supervisor sign off as well. So, those are kind of some of the steps that we've taken to be in compliance with the auditor general. I don't want to spend time with the auditor general. I don't want to be living in the past. I always like to be looking and moving towards the future. So, we're doing everything that we can uh to make sure that we're as audit proof as possible so that that hopefully when the come back, they don't even want to look at transportation. They know we're in good shape and doing what we

177need to do. Any questions? All right. Thank you very much. Thank you sir. And uh it information technology um it's the last part I covered as well um based on the last section >> that was the same right about the student report the student report. >> Thank you. Any additional questions present here? >> Yeah. Moving right along is operations. >> Great. No, HR. >> Yeah, I wanted to talk to you about that. Um, Miss Mis is here, but she doesn't have a presentation. I don't know if you want to hit her with questions or have her come back to >> No. Can we have her do October >> and have some updates? Okay, >> October or you want to do like information in August? >> I think October because we'll have a lot more time

178to be a little bit more thorough with it, >> especially since the new year's starting. Church is busy. >> Oh, okay. Is there anything from ESPA or is it lunch operational? >> Those are the presentations that you requested. >> Oh, those are the ones that I was talking about. >> Okay. >> Well, I pretty much talked about it. I'll take some time. [Music] >> Bye. Thank you. Thank you. >> Thank you. >> Enjoy the rest of your day. >> Thank you. >> Okay. >> So, let me Yeah, I'll probably I don't want to talk for too long, Miss. So if he wants to come over, I'll let him. >> Well, just as I mentioned earlier as far as the presentations that were done and um one of the things I definitely wanted to talk about,

179>> did you guys talk about the um board audit finding? >> You guys already know. >> Can I brief them real quick? So, uh, a couple of the audit findings which I found kind of strange is that, um, I guess there's a new requirement that I never knew about is that the board are supposed to be trained on, um, conflict of interest. So, my plan next January is to do a brief reading and then have you guys sign up and then your conflict of interest statements for 20 32 24 were not up to date and I'll take that upon myself because I was recovering from surgery and didn't come back until like February and I had asked for them to do it but they weren't done but of course we did ours this coming year

180and I do have all the pass except of that one year. Um, so that'll be that that'll take care of itself. And the other one was the overp payments. Uh, that was all taken care of. Gary gave us the wording for that and it's been all up to date and submitted to AD. But the one I find interesting and it's kind of picking and choosing. I just feel like we're being picked on this year for some reason. Um was the conflict of interest training because the form states on there what what it's about. But anyway, I'll do a brief statement. You guys sign off it and I'll save you a Google form. Okay. >> So, I think that kind of goes back right back into what I wait because I didn't I was just going

181to talk. I'm done. um kind of goes back into what I was what was kind of shared at ASBA is that those types of um I guess of course numerous schools go through the same thing but there are some some some instances where I feel like this is where I was really trying to kind of sit with Diaz prior to is that the board in itself you know can't do anything separately but as a for these types of conversations and these efforts like putting forward whether it's resolve or support or action. Um my hope or the hope that they were saying is that it would be something to actually kind of hold as in the district standpoint so that they have more standing to be like well this is this is the means in which

182the the board with all of the information that we're giving and anything else that they're doing is moving forward with based on you know their their direction. Um, that's not to say we're just going to be willy-nilly with with some of those things, but specifically like I was saying those uh well, and I know we looked at it um I I asked for a meeting with the CFO and and the superintendent because the Arizona Department of Education representative was there and they did present all of these reports which of course are all on their website and title. Not that I'm being naive, but those reportings on there are actually really, really insightful, which is where I was looking at how our expenses reflected that we were putting not putting a lot into instructional actual funding,

183but into other means, which which you can notice in the trend, it actually decreases. And so not saying that those other means are maybe not supporting the other side and that's the reason why it's kind of lopsided but say in 2004 or whenever the board was was really pushing on all those instructional types of initiatives it was really high and then there were the the you know you can see it in there. So, and um we can meet with the CFO or or have her kind of give us some links because I tried to go in there and look at it and unless you know where you're looking, you're not you're not going to find I could find it. But, uh for the most part, that was really what was hammered. I think that's why

184I keep kind of bringing up and I really been asking these guys, what can we do to support? Um because that biggest call or call to action was board should be able to see the information, take the information and at that point, you know, put some put some effort or some some teeth behind what they need to do. And part of that as well was us dealing with AD or us dealing with the attorney general, meaning us as in the the realm, the body that actually is looking at them, seeing what they're going through. And I think if this has been going going on for x amount of years, how can we be more supportive? How can we be more uh assertive in that? What do you guys do? I mean, because they they're dealing

185with it from a different standpoint, but they do have and we do have connections not only through ASBA, but our connections through our our our state representatives who were very much we've met. Um, and I don't want to be the only one to to to sound this alarm, so to speak, but I think that was also what they were sharing in the presentations is that um, colle collectively as a board um, those are the types of things that they're finding having to do now in order for there to be actual any kind because these guys are just going to have to answer to them all the time. we can actually be the ones to go and actually make an impact and or or approve an action that actually will get them to realize that this

186is what we're not going to put up with it or you know either you're going to do this or or what are we what are we doing at this point? Um, so it was a really good I was really glad I went to leadership and and I guess that's my other um my other request which is why I asked for the expectations for the commitments for the board. Um so that not only you know are we asking the questions but as much as we've been given resources and tools to look at um the academics or the achievements but we're also given the same effort and resources and tools in ourselves to be able to really be be strategic in how we're looking at the finances asking the right questions um and pressing on from that

187point. But it was it was it was good. It was intense. And then of course the other session that we went to was the Hispanic or the caucus meetings. The caucuses are in disarray. Truly there's no they had a joint meeting >> from SLI leadership. >> Hollow. So they had caucus meeting between uh each uh each each Hispanic Native American Indian caucus, the the black caucus, the rural caucus. And I don't know, it it was it was a little strange, but there was a lot of um the elder um reps, the elder not the reps, elder board members who were trying to trying to I don't know it it they're going to have a meeting in September, which what they were supposed to send to update us on what they had discussed and how they

188were going to move forward. But that arm and I think in our in our respect as a rule and um serving all of those actually uh students in that in those demographics. Um, I guess that's why I'm asking maybe we need to be more assertive as a board as opposed to trying to utilize what they're doing cuz I don't know that they're doing anything that's going to be very effective the way that the way that they're operating at this point. It didn't seem good. I don't know, Mr. Diaz, is that the kind of what you got? They were still re rehashing the same type of thing at meeting the caucus meeting. >> Does it have to do with um um ASBA? I know in the past, >> but they did lose their executive director again.

189I don't know. >> Some reason I mean there has been some issues in regards of how they were being treated as far, you know, from with ASBA. So I mean you had some ASDA personnel that actually was really supportive of the you know different causes but since the change there has been a lot of change >> it's been yeah there's none >> which is which is none is what I I'm recognizing kind of and you know in the past you know we've done really well I I mean I think we've done you know we came up with scholarships done quite a bit you know but just recently because of the change in in the different um in the ASBA um administration area kind of disate things I guess but you know and and that's something

190that I think the caucuses need to make them aware of, >> you know, so >> I agree and I think that was the leadership was trying to figure out what again what are we here for and it's like they were like you know what you're there for >> but M did you have anything to add two things two things um one is is I concur um they they don't seem to have a purpose um and it feels like spinning wheel um the caucuses Um but I want to go back to to the ASB presentation. So I know um based on the conversation president it is uh the level of commitment that you wanted uh especially in the area of the budget um and and based on the uh lessons learned from um the targeted schools

191um and how you want us to rise up. I know you've been mentioning it and and and the purpose of today having also the three days a result of our conversation and also the audit and the time that you took to be able to understand everything that we've been working on through the audit and you wanted every board member. um but it is to highlight and bring back the level of important importance that you want um the board to continue to show especially in the area of study. And just to give you I know I don't know if you guys looked at the report but when I it was reported that Isaac Elementary was overexpended about $12.3 million that was and it was because again the reason was the board continued to look away continued

192to not want to have to deal with what the administration was trying to present and deal and do. And so as those being as those were being reported and it shows in there the exact type of um report that um our CFO actually gives to us in those accounts and how they were actually put together. And I know um specifically Miss Hendricks always is really good at at seeing those negative balances and or expenditures out of certain line items, but those are things that I think that if we don't take the the time and effort and and I not say that I that I'm the best or I might see everything, but I'm hopeful that five eyes as opposed to just one or two um will keep us out of that type of about expenditure

193um circumstance and and and their largest thing was it was brought to the board and the board continued to just let it go and just and it continued and continued and continue. Um I know that we're we're not in that situation, meaning we we do have um the skill or at least the understanding, but for the most part was those big decisions that they needed whether it was closing the school or was recommendations from auditors or recommendations from the from the attorney general in in auditor general, excuse me. Um it yeah, it just it was terrible. So that was the main thing that I think that I wanted to continue to bring here and report and that you know try to get us all on the same page. center. >> No, I just wanted to

194mention and that's why I think when we approve travel or hiring or programs that we actually know what where how we pay >> where's it coming from, right? >> Where coming from you know it's coming from a grant is there enough money in that grant and over spending that grant you know those things really have to be conscious about because Again, as one mentioned, you know, we we have to make sure that um also that as far as um auditing reasons too that we're in compliant with, you know, making that type of >> Yeah. And I will say just take a take a keen eye because I know Mr. Diaz and Ben will probably attest that I have caught the same proposals where like what is this being funed out of? It needs to always

195be in the memos. Um so I I'm sure that they're keeping up and making sure that those those instances are in there like we'll be funded out of dot dot dot. Um but I guess maybe that goes back to what does that mean? You know, as a board like are we understanding when they say that? What is that? Are we looking at the budget then to see okay, hey, we doing all kinds out of this one grant. How do we even have more funding in there? You know, that those would be the the types of um flags I guess we would give ourselves to to like ask the questions. I mean, we trust and again that was the one thing they said. They trusted what what was happening, but because they just continued to move

196forward and really didn't deal with it and didn't deal with it, it just became and I'm that's wild to overspend $12 million. But, you know, I know we get a lot of information. So, I guess that was the emphasis is as much information as we get, those are the things that we really keen on and make sure we're not but but on on the other side of that, my thought was, okay, that means when and like they're dealing with stress on the level of we got a 90-day litter and we're just sitting here like, okay. But I'm hopeful that since we're being presented and have the information that as on record or as as as part of a meeting in a session that it is noted, you know, they are doing what they're supposed to

197do. We are having these issues with not here but outside entities. And so if in any if and in in any point the board needs to make an action item or some sort of decision or some or some some form of a response then I think that we will be definitely equipped to be able to say because I will say and this is where I want to be honest with y'all. When all the the auditor general letters and everything else went out and we started getting dragged uh as a district and even um where did we go? Nice. Dist bunch of the districts were like, "Oh, I was angry. They're I mean, you know, they start to look at you like you're doing something wrong and nobody wants to feel like that." And they were

198starting to make little whispers about, oh, they got a letter, so don't don't bother them or don't sit by them. I don't know. You know how it can be. But I but I also I also understand that even now at the leadership institute, you know, those questions were still asked. Well, how are you guys doing? how what is what is are you guys still in trouble when I say I mean there are things to respond to and there are things not to respond to but the point is those types of things um I know what not one of us ever wants to go somewhere and have that type of thing over us Mr. Diaz is is well known by many different districts Sylvia of course 100% is is also well known um but they do

199that and they and I don't I'm just saying for myself, it doesn't feel good to be in that space when they're when they're making those comments or acting that way. Um, but that's that's for me. So, my hope is that bringing that back here and encouraging and asking and being very brutally honest that some of the questions that the point ask about where we are is because those are the things that kind of came to me on what needs to be what needs to be said and how we need to move forward. and if we're not seeing it as a board, hey, here's here's the action. Here's the directive in an action item that we can actually address. So, that's pretty much it. Any questions, comments, concerns? Um just making a suggestion when when Moana

200was talking about a safety net as far as like if we're when money is coming toward us or we're looking at something that's being spent if that could be included maybe in there saying like is this coming out of this grant? This is coming out of how much money is in there and how much money is left >> because that probably would be helpful to us just as a safeguard. Miss >> and I think what was mentioned earlier about um making sure um you know those plans are put in place um for the year or the um sites and uh with regard to anything purchases, travel, whatever that that those things and um the dates that are set and put in place on when um expenditures can be made or purchases deadlines. >> Um those

201things really need to be a focus in this year because we are going to be uh we we're already looking at um a decrease in funding. Um, so all of those things just need to be accounted for and and um we need to just think about tightening our belts this year because we don't know what's ahead and we want to make sure that we have enough to cover like the salaries, cover, you know, things that we need um for our students daily. So um we had a lot of funds going into professional development thus far. Um and I think that you know with with this with this year we start utilizing all that experience that was you know learned and and um we just move forward in that manner especially now because we have an

202audit that we need to um take care of the findings. Um, and I think that with this, you know, it should be on next month's agenda as far as an update on where we're at. And I think we should have that each each month so that until it's taken care of and we don't have any, you know, we know that it's it's been, but then just continue just making sure that we're um aware of everything. That's all I have to say. Okay. If there's uh nothing else that'll complete that move on to operations, >> good morning, President Padilla, Super Diaz. Um this is my presentation. This is this is pretty much the outlook of since I started um 5 years ago. give you a plan. >> You can use the arrows on the keyboard slides.

203>> So, when I got here 5 years ago, um I told you guys that I would set up a plan. This this is going to be the ending of the plan pretty much uh coming up because this will be my my fifth year of being here. Um, this will show you everything that we've completed so far and and everything that we will be doing forward for the next couple years if it's SMB money um through the state or if it's our own money. But um I'm trying to use as much as I can from the state right now because because anyways um if you need to stop me during my presentation, just let me know. Um, I know you guys are on a time crunch now and and I I sure want to get you

204all to look at the schools. That's probably my biggest thing today. So, um, these are the projects. Um, when we met in January, when we met January last, I guess, um, these are the ones that are completed. Um, they actually tell you in red if they're in progress. Um we're awaiting SF SFB funding. Um this is everything that we've asked, you know, through our principles um through my walk with Mr. Diaz and other staff that we've come up with. Let's see. So here's all the projects one through I guess 44 right now that we have set up. This was the start of number a couple years ago in 2021 when we started the air conditioning and it's that's all completed. We can just skip through the gym roof the primary school. This is the primary

205school 100. This is what we put in now. We're waiting for the money to be released from the state. So this will finish the remaining uh again the remaining roofs that are at the end. primary school cuz remember before I came to Disney 200 and 400 buildings. Um this is the roof replacement that they're finishing up now at the intermediate school. Um these are the canopies that they're going to be starting soon um for the roofs that they're going to be replacing around the around the rest of the school. Uh this is the secondary school building roof replacements at the secondary school. This is the kitchen that they finished at the intermediate school a couple years ago. This is the weatherization that they're in progress now that we can uh look and check out the

206windows and stuff and the painting that you've seen at Panda School so far. Um this will be the same thing. So the weatherization for the primary school, we've submitted stuff in. You can tell like the cracks, the the peeling in the paint. I took a couple pictures of the windows and stuff like that at the primary school. This would be the same thing at the secondary school, the exterior, the weatherization, the cracks, the fading of the paint, doors, windows, and stuff like that. Gym floor. And this is stuff that we've already done with our money. Esser money was HVAC replacement again for the housing and and for the for the roofs. Um, this is remember you guys toured. Um, we went to the housing that we did the five remodels of uh a couple of

207the garden states. um fish bowl in the salto units. Um this is the the primary school kitchen. This is like remember when we did a couple years ago when I took you through the intermediate school kitchen. This would be the same thing if you won't be getting a new floor in there. Um an actual tile floor that's easier to clean, safer safer to walk on and stuff like that. Um this is the high school. You can see all the cracks in the floor that that's the original floor that they put in when they built the school 20 some years ago. Um, this is out front here. Remember where we have our little issues. So, they're actually coming in in about a week or two and they're going to actually put a curb. If you see

208the the plan, they're going to put a curb there along that. And then where the blue is, that'll be a sidewalk that's that'll be marked so they can walk in the inside of that so they don't have to cut across anymore. So, they can walk across the uh through the cattle gate across there and then all that will be will be lined and striped. So that'll be the safety of the kids that uh I know President Badia has asked questions on that because I think his school kids started going to school here. So he's asked questions on that. Um we've had we've had instances where people remember they used to have the old curb stops out there. Cars would just drive over and stuff like that. So um and then this this was all future

209projects from that front list. There's just there there's there's pricing you know an amount to it. There's it's funding is to be announced because a lot of the stuff that's coming out of our our impacting money um teacher housing there's some odds and ends in there that we that we that we just need to get done. Secondary little wall uh that that shuts off the the front entrance when you come to the school so it keep people from coming behind the desk. I guess that's what they wanted. Um the fuel tanks and the bullyards that's over here at the fuel station. Um, at some point we have to clean it and paint it because we need to make sure it's not leaking, you know, stuff like that. Um, transportation shop building, the overhead door replacement,

210those are the big doors where they where they drive in. They've seen better days and we've done as much as we can do them for repairs. So, just to replace the five doors that are in there is about $90,000. Um the cabinets, those are the ones that they've talked about before at the secondary school cuz remember we only did the cabinets in the classrooms. We didn't do them in the pot areas. So that would be putting in pot cabinets in there or you can get shelves for much cheaper. And I guess it's just how you want to uh how you want it to look. If you want it to look like the other schools where it's covered up and you don't see it, out of sight, out of mind more or less. Um transportation shock

211building. We need to put a canopy over the the the last um um lift that they put in over there. And one of it is because of the safety issue. And one of it's because of warranty because it it should be covered completely. Um and another thing is we've already replaced there there's there's hydraulic tanks on the side of it for the oil and uh the sun beats down on them. It cracks them and we've already replaced it twice and now I try to put a metal shield over it to hopefully shield the sun from it. But at some point we have to put a canopy over it. Um transportation storage building, the roof coating. So that that's the building that's over here. Um that's the old boy building. We just have to put something

212over cuz when it rains, water pours inside of it. It's where Aaron keeps his tech stuff. It's where I keep my crowns, extra stuff. Um intermediate school gym curtain. Um that is the the the last one that it needs to get replaced. We've already we've already cleaned and done the ones at the high school. We already replaced the ones at the at the primary school. That one at the museum has to be replaced because it's not at the code anymore. It's not fire returned. Um uh gym wall pads is just replacing some that that they had that they had torn up on us again. Um the restroom restroom building co coating that's this building that's back here that was never coated. It's just it's just a metal roof. Uh let's see. Window district blind. So,

213so where it says window blinds districtwide, we were trying to come in and put, you know, because of safety issues and and it's better to close our blinds, especially when it's sunny days and then if there is an issue, they can close them during lockdowns so people cannot see in stuff like that. But a lot of our windows that we've been replacing now, we've been putting tints on them so you it's harder to look into the window into the actual classroom. So, um the playground playground shade replacement that's at the intermediate school. uh purchase landscaping rocks. So this this is what our big thing is now that they're almost done with intermediate school weatherization. Our biggest thing is to probably go around and put landscape plastic or felt down and put rock down. So So

214it keeps it's one less thing that the grounds have to do to go in and weed because it takes hours to to do a lot of the weeding. So and it would actually, you know, spice up that school a little bit because we're pretty much done. We did the roofs, we did the weatherization, we'll have everything done. the grounds will be the last thing that we have to do there. Uh transportation shaft. So as as you recall, there's no heat, there's no EC there. There hasn't been in a long time over there. So that's one of the things is we can put some ECs back into some of those parts because where they store some of their parts. Um a lot of their parts, they're stored at different locations now because there's no air conditioning.

215And there's two offices over there that had computers in them and and Aaron's pulled the computers out of there now. Um because it when it's 100° out, it's 100° out in those in those office areas. Uh and then if you get down to the the the priming paint interior, as as you recall may remember, we painted in intermediate school and repainted the primary school interior. We have not touched any of the high school alone. So just to paint that, that's just a ballpark figure of going in and painting those buildings interior wise. And then if you look down, the next one is just, you know, just just just for the cube building because of the gyms cuz they're so big. Um and then the fishbowl uh housing the prep. So the housing we need to

216at some point go around and do the weatherization on those because it's starting to fail where if if we get enough rain and water it's going to come infiltrate through the walls and come into the we got roofs on it but now we got to do the the windows the windows and doors and then the painting. So, this would be here. And then now, if you go further down, you can tell where I put paint, exterior painting. And somewhere in here, you're going to see uh it'll it'll say windows and doors on the housing. Um because again, we have single paint. A lot of them are plexiglass that they replaced them years ago with. So, it's not helping with our weather. It's not helping with the people that live in them. Safety is one of

217the other issues. Um I'm sorry. So, so and then this is this is a want thing right here. So, you know, the secondary school has always asked for a track because remember it's dirt there. Now, um we could go through um and do the intermediate school track repairs just to get the track going because we've already got a base down. This would just be the rough estimate about $160,000 just to get that track going so the kids could use it instead of spending that much, you know, at the high school. They would just have to be transported to this this one here. And I know I know a while ago we were looking at uh doing grants. We can look at that again. I can I can you know knock my head together again. I

218know TCC a gentleman his name was Anthony I believe. >> Yes. >> Anthony was Anthony. Yeah. And I know that that we've talked before about uh trying to get some grants because he knew of some stuff and and I know now that you know the Olympics coming to LA, it's going to get pushed up. it's going to get ramped up again for um for track and field. I mean, it's that's that's how the how it rolls, you know. So, um uh and then the cabinet replacement, that's the finished or remaining cabinets. Um as you recall, last last year we did um or a couple years ago, we did the all the classrooms. This would be like in the 300 office building place. This would be in um the library and stuff like that just to

219finish off the cabinets that weren't done originally when you guys did the scope of work when you did the 200 and 400. So, and then there's your your windows and door replacement. So, windows door replacement. And a lot of them we have to be careful because when we do them, we can't just do them ourselves because a lot of them, you know, they're 40, 50 year old windows and they have to be recycled completely, have to be, you know, taken down and stuff like that. And it's got to be by a professional. It can't be just us doing them. Um and then um on the very bottom it says canopies for fuel dispensers number 43. So what's happening right now is the sun is beating down on the fuel dispensers. And if if you've I

220think the nation, if you drive around some of the fuel dispensers, there's like a little canopy that goes over it. It it it's it's so dispensers will be gone. So the computer is on the outside of our dispensers, the ones that Kevin bought a couple years ago. So when that computer gets hot, it stops working completely. So right now, unlimited fuel runs off the computer, so I can see what comes and goes, but I can see what comes and goes on the the the diesel side. But right now when you go in, you actually have to manually put on a piece of paper like they were doing before I came because the computer doesn't doesn't allow the uh the dispenser to kick on and kick off when you press the keypad. So the only way

221and at some point when it gets cooler then it goes away. But when it's hot right now May and June, July, I have to shut it off and put it to manual dispense. So, and this is going to cost a little bit of money because it's something that we need. I I I'm working with an engineer right now because we have to make it. It's got to be in the ground. It's got to be coordinated because if the wind if there's 100 100 mph wind, it's going to rip it right out of the ground and take it with it. And we don't want that because that's going to cause all sorts of issues. It could cause a a fire because it's next to the fuel tank and stuff like that. And then the bottom one

222is a fence around the armies. They've they've asked that um before the ones that we have back here for the the RVs to try to keep the the cattle and stuff around so the cattle aren't going up to their their RVs and stuff like that and rubbing on stuff and knocking stuff over and stuff. So otherwise that is it. Sir questions operations to back. What? on the last update was a weekly uh highlights that I added. Um we got an update from Gary last week. Um he's pushing he believes that the insurance um is trying to avoid making that payment even though the mechanic was uh responsible. Um but Gary wants to first publish through the the insurance that they don't see why the insurance um is trying to defer that to that company. Um

223but Gary based on his review he believes uh that our insurance should be paying for that money. So that is also last week the update. Um I will continue to give you any updates that I have from here but we're still pursuing that funding. Yeah, that's that's right here. This one. >> Oh, yeah. >> A lot. >> As you can see, we can give the impact there to Ross for the next 20 years and he's still not going to be done because it's always going to be something fun to work hard. Um he has done a lot of great projects and I'm very grateful that he's being um like a bulldozer for the district to make sure he updates our facility [Music] but also what >> anything else miss >> um I also uh want

224to say that I I really appreciate um you going out and looking for funding as well um because I know we were uh in our updates that we were seeking funding and have gotten and received funding for the school district. So um I really appreciate that. Um and and also um on the on the future projects list um is it is it broken down into priority or is it just a list of >> No, it's from what we just well the top ones are priority. I mean where we started at you know because a lot of them are SF projects. >> Mhm. Okay, >> that might be good to see if you have like uh like, hey, this is like priority, >> you know, if you can put that. >> Yeah. And I'm still adding

225to this cuz you got to remember we did the roofs for like this building here. We did the exterior of this building here. We did the roof at there over at over at transportation member of the shop at one point. We did the roof at operations. So, I'm I'll still add this to this list that that is pretty much already completed. That would be good. That's a good question about the priority list. >> No, no, no. I I'm done with the priority priority list, but I know that um in in uh when you first when you first started, we um we were really looking forward to um because we saw your background and what you think and all the positive. And so we were really excited to have you come and and be part of

226our school and I and when you presented um your first presentation of the projects and there was a whole list of step on the way and so I I like that you you continue to do that. You give us a um where you're at in the project. So thank you for that. >> And you guys you guys should have that open list that I sent you guys in January and I showed that to you guys. There's an open list that has probably 10 or 12 columns on the bottom and that's more it's detailed moneywise which tells you everything and it tells us all about the roofs and everything else. So there's more of a there's actually in there um like a priority list that I can just take and move over to some of this

227stuff cuz a lot of it was remember uh the trust never did a real walk through until I got here and then I started doing walkthroughs with the fire department and stuff like that and that's when we really started and then with the state when the state came down we really started digging in deep. I mean, I was with them for six weeks, not straight through, like probably six weeks total with all their auditors and stuff like that to look at stuff. >> Okay. >> Just to maybe thinking cuz it's very thorough. I really appreciate it. >> But we appreciate it. Um there's so many great things that you're doing and you can definitely see the difference in all campus is um excited to see what's happening now and go on our tour. >> No,

228I just continue to sing your praises. I think in 2020 or prior to that, what we were dealing with was similar to what transportation was prior. You know what I mean? We we were just getting consistently like it just wasn't what it was. And now that you have um you and your expertise, your professionalism, your your commitment, your passion, I think really shows and really really appreciate it. I don't know how else to say um more so the effort I think that you take even outside of the school um is noted. I mean, trust that we you may not be around all the time, but but we see small enough that it's um it's very um I'm grateful I'm thankful and and then really I'm also grateful that you adjusted how you were presenting because

229we did ask to kind of see it and again it kind of goes back to how we how we asking different things out now where the finances are um but you and yourself taking on so much of doing all the the effort to work with the school facilities police board which you know we hadn't really I don't think we hadn't really seen that done. We were almost splitting the bill pretty much prior. Um >> yeah I think there was maybe a couple things that you've ever received from them in the past that I've seen that they could archives wise but yeah >> truly I mean and it really has shown an impact. Um, but I also know that that you as an individual, you know, you're not from here and I'm sure you you you

230also want to make sure that you're you're cared for, your family's cared for. So, I don't want to also say that. I want to also say that that's also important for me to be able to help ask you for different things so that the board can see he's doing an immense job that if we didn't happen it would be truly detrimental. So that that I just want to say thank you for it before. I know you said it's timeconuming but um >> I just need staff. >> If there is there isn't any other way we normally >> Yeah. You get them trained and then they leave cuz they go to better and better jobs and >> Yeah. >> Well, definitely. Thank you so much. I look forward. We're going to see we're going to see

231your work. >> That's it. Yes, it is. >> Thank you. Next on our agenda is >> well we do have one more question but >> sorry. Oh, no. I just thought of this cuz you said about jobs. Is it um I know we had talked about it before um with the internships as far as like coming out facility but also >> two two answers. The first one is um Miss Mazone through the accelerator. That's one of the things that she wants to continue to push. she's collaborating with first stop. Um this is something that not only we want to see as an internship but also part of work study. We want to see how we can we provide an avenue for our students to grow new skills through work through work study um and getting

232it as part of their um graduation requirements or having internships in other departments. >> Okay. Absolutely. >> I also think about um societ is uh internships um student workers for them to work a few hours while they have time. And also having said that it's I will connect with Mason and Ros um they are part of transportation because they have some areas in which we can maximize it. Um the free mine they they have a specific section that they just open up uh the grants that um it specifies generate new new jobs for the community. This is something that will create um or strengthen what we want to do. [Music] Pretty soon we're not going to keep asking. Correct. We've asked about that prior setting up those those I know you're getting there, but I'm

233saying pretty soon we're going to stop asking about this. >> And some of our staff have already um gotten those and you have approved the donation that they have approved. So as a district, we we share that information in some of our our our schools have and and departments. they have already submitted them and they have been um recipients they have approved those donations already as well. >> I think about those students that have maybe the aspiration >> or even the students who are coming home for summer. >> Oh yeah. >> Um they need a job and don't qualify for district work because they're too old. >> Yeah. >> The district support programs are are okay to have a good program coordinator. Some of them are better than others, but I know that was huge.

234I try to help bodies burn during the summer time. Other than that, itching anything burning questions. >> All right. Thank you. >> Thank you. [Music] Thank you. I think we influence should be at >> primary >> which building? >> Cafeteria. So, okay. So, we can park in my house. >> And do the rocket. >> Eat in the walk. >> He's joining us. >> Are we coming back here? >> No. immediate first meeting. [Music] >> What time's the special meeting? >> So, if you want to go, you can go. It's up to you. I just don't want you guys missing lunch. >> Okay. >> Can we do a special? No, we can't. lunch ready. >> Uh, he has a text. >> So, I guess we are coming back. >> We're coming back. >> We still have

235to do our reflection, the next steps and commitments. Um coming back >> and we have a special board meeting as well as executive meeting. Um >> so what are we going lunch? >> We can drive over to lunch eat and do some of the perfection. >> No. >> So meet us at the first one is to stop immediately before we go to lunch. Right. There's one show. Yeah, 15 minutes. So 50 minutes there and I'll be 15 minutes first or so. >> Okay. So for the record, for those of you who may be watching, we'll be conducting campus tours. Mr. >> Thank you, Mr. Mumia. Uh when the agenda was approved, there was a motion to move item N to item J and then uh turn the meeting that you would just be doing the

236walkthroughs per the uh no school will be conducted then come. >> Yes. And then come back now reflection next steps and commitments. Great. That is correct. Mr. Le >> depending on how much time we have. But one of the areas that I want to emphasize, um, can you put my presentation back? >> Yes, sir. and it'll be four. Um coming back to this speech um in terms of how we're going to move forward this year. Um we are on a a maintaining success and it's an accountability year in front of you or that binder that you have in front of you that's our commitment by school by that and by departments and how we want to move forward. Um it's our intention, it has been our intention to show that everything that is happening behind

237the scenes and and hopefully you can see the progress not only in academics but also what are our next steps as well as every single department. Um it is the upcoming year in addition that in addition to what's in the binders I want you to keep in mind that next year we have the accreditation that we need to complete. In addition we have the auditor general and any changes that they want us to make. Um we also would try and complete our lease um that is not moving as fast as we want. who's still waiting for the survey. Continue to also uh pursue the funding from the nation regarding the um new language program that that takes a lot of time and energy so we can get to the final um the the the goal

238uh the final goal. And also um based on these last two days, let me see if I put it here. These are some of the requests that you want me uh to make sure that I follow up on. So besides the uh the goals that you that you have in those three-year binders or the three-year goals, besides on these initiatives that they come that they're non-negotiable, we also going to be committing as a board and as superintendent for these things to take take place. Um we want to uh follow up and and and look to holding summer school in one place to in an effort to save money. Uh we're going to be adding and updating the Navy's packet with all of the great information. Um we want to make sure that um we do

239have evidence and maybe through the board reports that students are getting conferences uh how many that the schools are meeting uh with those uh students to make sure that they know the credits. Um we want to add quarterly data reviews that we still need to commit to a day that was going to be able to work for for all of us. We want to uh collaborate with HRDC regarding chronic absentism and the system in place to not only collaborate but follow through. Um we want to come back and and have Miss uh Enriquez to bring a cohort success comparison. Um uh with absentism and those that are been in school, what is a success? Um we want to promote an attendance campaign. Um it's supposed to be RCA uh for K12 for the upcoming year.

240Um we also want to embed initiatives uh create pride in the schools. We want to increase uh or have a system in place to make sure that um DSS students are embedded as student student of the month. We want to come back and have an ESS post data graduation um review of our students uh that have graduated. um uh also find out and come back for transportation regarding the GSA and the possibility to see that's that can save us money um have overtime a system in place to have overtime allocation um and come back and have also part of the review in the October what is it that that is it's required by the state versus what is supplementary based on all the budgets that we have and um uh pro um modify some of

241the fundings and balance uh when we come to the board requesting travel make sure that we have the funding and balances and also provide monthly audit budgets. Did I miss anything else for this upcoming year? >> Not that I anything. >> Okay. So knowing that yes, >> I guess for our next subject for the commitments, one of the things I think that was really challenging for me is when um and I know you have a schedule of when you're doing the walkthroughs. A lot of times they were always set at the same school um on the same day and it was hard. So like a lot of times I have like standing meetings that I have to participate in. So it was hard to like go to some of those meetings. So if it could

242fluctuate that would be beneficial. >> What's the >> when the schedule uh walkthroughs >> Oh. >> Yeah. That's true. That was a little hard cuz it was too >> the way we working is >> Yeah. or >> because or like I would always want the only school I was able to ever go to was the primary because that was the time that worked. >> Yeah, you could do >> and the day I could do >> the messenger. >> No, I would use as a gift or would you like us to provide information to you? What's what best work for us? >> I think they're their schedule is full. >> Yeah, I get that. Yeah. And and it would be what they have available because we have to consider testing and whatever they're going through as

243a school site um what they have available and and but but I like the idea that it's it's you know varies on days and time so that way you know we can make those commitments. >> Um thank you board members. Um we do have a year calendar. Um we have created our uh walkthroughs. Um one walkth through a day um per site and in some weeks we're going to have it in the morning and some weeks we have it in the afternoon. um based on the areas we want to make sure that we uh evaluate the the language arts in the morning but also the math in the afternoons and their inter their internship the interventions program. Um I will share um we will share you the the calendar that we already have um program

244for this upcoming year. Um look at which days work for you. Uh again, there's going to be one every other week we're going to have classroom visits except during the weeks that we have patient testing and we also have morning opportunities to participate or afternoon uh for you to participate. See the ones that work for you the best um and and and let us know. Hopefully that happens. >> One of the things I want to acknowledge too is that you guys also have the opportunity to do those swap things anytime you want. just let make sure the super >> so that they can reach the facility. But it's just the fact that they view those all of the the data and information during those times. But maybe that's the point. I think we do want

245to be included. >> Yeah, I think it's beneficial when you are included because it's helpful to learn the process. The last one I went to was really helpful. Um and then just getting to know the other um the principles and people you work with just their understanding and like challenges that they're facing or having that discussion. I think it's more meaningful. >> Cool. >> So based on everything that we learned in the last two days and based on a plan that we want to achieve during this year and think of what is one of the commitments that is important for you that you would like your the board to consider. We're going to write down everything um that that you want and at the end we're going to go back and and review and say

246I know this is a list we wanted as as stated or we want to should we get to only the ones that we feel that we can commit as a group. So think for a minute and feel free to shout out what are some commitments that you want us to add to the strategic plan so we can adhere to a support. >> What were the other ones? Did we get the >> the last that we had four years ago? >> Yes, sir. helps. Um I do think we can pull those out. Um I don't have space to see if we can pull out the original uh the strategic one from March. Um but right now we have evolved from who we were 5 years ago. >> You know what I was thinking while we're thinking

247about it? You mentioned you do weekly reports and all, but because we're not reading them, can you can we switch that to a bi-weekly report and it's just summary and kind of gets the core of those things um goals that you just know what goal and and what it was that I want to say when you guys look at his schedule is wild cuz I see his calendar. So, I want to be able to say that we're also we we've been able to see so much and you've been able to give us hundreds of pages of reporting. Can we can we agree to switch that? Can we via bi-weekly or do you feel comfortable bi-weekly or do you want to do monthly? I think that that might be something or we just wait for your

248board report. Um because you you notify us if there's anything that's important anyway, but I feel like we're asking you to do busy work when you probably have things that could do and it's part of your I know it's part of your overall contract and all that stuff, but I don't know board members do is that necessary to continue or is that something you can just see at the report and he can do something similar just highlight as opposed to is there detail and they'll provide a lot of information but if one board member is reviewing them and there's no purpose for it. >> Two things um if what tool do you need me to generate? The only thing is what is your commitment? So um I like my weekly report because it keep me

249focused and I I think that's something that I will regardless I will continue to do but it is think of what is your commitment that you say as a board this is what we're going to do. Does that mean read thoroughly what I what the our our our team and I produce or um because what I hear is superintendent we need these reports but what I I need to hear is what is your commitment of the board um to be able to help us achieve our goals. What are you going to do? Some of the commitments are when you see that you signed up for some events that you will show up is being here for board member for board retreats or for board uh reports and come prepared to make sure that board your

250governing board updates are submitted in a timely manner so we can present them. um or anything else that will show that we'll that we are actively uh showing how we going to commit every single of my schools and every single one of our schools and departments they say this is our commitment to this bind now what is your commitment to the board >> um you know when you put it in that right I think for me one of the commitments I think we should really um work on in this new uh year is that we're all of us all five of us are fully committed to attend any kind of meetings that we need to. um such as this. This is such a an important board meeting um to go over the foundation for the

251new year, you know, and and there's a lot of information that was shared. There was a lot of um thought process of giving us those reports and going over and um everything that was um was shared with us uh with uh the last two days is so very important for us to to know so that way um we know what what's ahead in this new year and I feel like we don't have that commitment from all of our members and And we should because that's why we ran. That was our focus was that we are going to commit to our children um and the the the nation. And so I'm really I really think that this is something that we need to um focus on. So just to note so that we kind of have

252some basis to start off of. Um I don't know Ben if you found it but the board expectations were that the board will redirect inquiries made by the US staff and stakeholders to the superintendent. Regular communication from the superintendent on a monthly basis be notified by text, email or phone if necessary for school emergencies, student emergency, staff emergencies, community emergencies or to receive board documents uh to receive board documents via via the board. All board members will receive the same information. One member's request for additional information results in members receiving or having the same access to information. I feel like that's not being done. We need to make sure that's done so that one one of us has a question. >> Go over that one again. >> One member's request for additional information results in

253all members receiving or having the same access to information. Um, special communications are done for all board members. The board member will treat each other and staff with respect. We I feel like we're beyond the superintendent staff will treat all board members with respect and we're comfortable with that. The respon the reason reasonable requests for additional information will be satisfied in a timely manner and no surprises and then the superintendent's um expectations were that the board members will inform the superintendent and visiting schools which went over. Board members who follow chain of command are receiving information from staff asking if they're spoken to a principal, director, or direct supervisor, thus allowing the administration to follow up. Board members who follow chain of command receiving information from students, families, and community asking if they've spoken to

254the principal director. Uh requests for additions to the board agenda will be received at least seven days prior to the board meeting. Direction is given when the majority of the board votes in one to give direction or when there is clear consensus from the board. This directing the superintendent. The board members will be respectful toward staff. Board members will read all supporting documentation before the board meeting. The board members will make all efforts to schedule a face-toface meeting or phone call with the superintendent. If a board member has any clarifying questions in preparation for upcoming board meetings. Those were the expectations. >> Yes sir. >> Um can you help me clarify um on my weekly report I have all the board request um who brings the request in the day that it was here. Is

255there anything else again that you feel that they should be that I should be doing? Well, like I said, only one person reads. >> Okay. >> Like I said, only one person reads that. >> Oh, gotch. But in terms of what I ask, >> it should be in an email or some form to be like, hey, this was the question here. >> Um, Aaron, can you please um display page nine of the document um in your email? Yes. >> One of the students I was going to return was attend. [Music] It's 12:00 >> and bring this information back. >> It's night. [Music] >> Yeah. Do you want to report it to you? >> Yeah. >> Okay. >> Page 9. >> Sure. >> I love page eight. Um this is my tracker President Mia in which

256um what the request is um who is responsible and when I provided it to the governing board which is there anything else that I'm missing. This is a request who's responsible and how it was provided to the governing board members and it's part of the weekly report. Um it shows all of the requests that I've been receiving over the years and it shows who's responsible and the date that I provided it to the company board. But also as as far as the budgets, I know that some years ago we had requested to get budgets for different schools and department and we haven't forget >> budgets. But that got my [Music] for each area where because that'll tell us more or less >> be percentages of what they spent what they think at one time there

257was one school that would turn in positions or whatever needs to be done in order to spend the budget which ended room which ended up in rushing and findings and after >> can you put it on superintendent I'm superintendent my um go back to my presentation and going back to the list of I go ahead didn't add any to the list of followup request which um >> no no no request >> so I will this these will become a tracker and I will continue to inform when it was provided to all board members and the date that it was provided >> school >> but department >> department yeah okay noted so those are requests but going back to the commitment mention you you had mentioned something that you want ASBA to be >> um ASBA

258at least ASBA I think we all try to if if at all possible we don't have any other conference we try to attend all the main conferences you know the evening law conference community conference and also there are some I've attended maybe a couple of them webinars in regards to the activities that they that training that they offer areas >> that you know that you know >> that kind of leads into that probably added discussion I wanted to talk about which was identifying and looking at the course of the year because we all should at least have an idea of where we are, what we're doing throughout the year, which ones we're committing to attending. >> And by committing, coming back and doing reporting on on the classes. I guess it kind of goes back

259to what you're saying about attending and making sure we're we're present. You know what I mean? Like reporting. Um but it also was like it also made me think about what was presented earlier that they are trying to chip away at those travel costs and I said well then maybe the board needs to also identify board members. Okay, only two of you are going to be going. So that means you need to come back and share with us the same way we're asking our our staff to to cut down and come back and use the use the information that they got or share it and you know any resources. So that is also >> I I I agree with that one, but I do feel like the upcoming one that's coming up for the law

260is something we all should be a part of because of the state of current political system and the impact that's going to have on our school systems. Um, I would say the annual conference is definitely something that maybe just a few of us could tell you. Um, and for me like um for work next week we have we're scheduling out our entire year so I have a better idea of like what I can attend and what I can attend. a lot of time when the community event I I agree with um you know there's times where you know we're available and then there's times where we're not. So, you know, we just have to figure out what's good for for or what's good for us. But I also I I also know that last month

261we did bring up the um information that Ron had shared about the um importance of sharing the information when we did go to conferences. So that way um those things uh are shared and that um it's not just the individuals that are attending it's um it's sharing the information. So totally agree. >> Yeah. Because I think that um some of these you know we have breakout such as I know good at identifying which one are you going to go to. >> Yeah. You know, we kind of split up to get more access to information that um one of the things that I I really want to I guess spend time with the board on is figuring have what they do have are community days. Um if we're going to go broken depending on um but

262what we're going to be there for as a board. I know in the past um we had a table but we didn't really have anything to provide and I know there was incentives that everyone else was providing but we as a board were just kind of there. Um, and so it kind of felt awkward, but I think, you know, one of the things that we could do is, you know, meet and figure out what what are we going to share at these gatherings as a board because we want to continue to be there in the community. Um, we also want to be there for a reason. I mean, we want to be able to share with the community what we as a board want to share for the year. And I think that campaign of

263actually um really moving forward and um making sure our kids are at school whether I mean I I like was said earlier um yesterday the kids want to be at school especially the young ones but somehow moving it toward the responsibility of parents um that really is is a bold move but I think parents change to really understand that because I I of someone where they came to my work site and the child was should have been in school um but the parent wanted the child to go with them to son because they didn't want to go alone and I'm like well that you know you should be in school but you know something like that is just like Uh parents really need to understand that is so important for kids to get through every

264day because one day you miss it affects um the learning of not only that day but the um you miss out on so much and then the teacher has to go back and you know spend time trying to figure out you know it just doesn't you just the kids need to be in school and the parents need she made that um a priority. So, I really believe that this school year, the campaign of getting our kids to school should be something that we um look at as a board. No, I just I was just wondering also I I don't know again if this is something um that you could provide for us, but um I kind of like as far as my my job and QC and the cut the relationship we have with B.

265Um, how do I I mean I guess I'm kind of questioning or maybe you would have an idea. How do I with the decision that you have to make and the things that PC is pushing? Um, and how do I separate my employment with QC but yet my my being on the board, >> you know, and then also as a parent, you know, sometimes we're at the events as a parent, but we're also there as a board member. So, how do we, you know, put that together? And I think that's probably the one of the biggest challenges for as for any parent I want to say being there like I'm here as a parent but a lot of times is because you're on the board it's like you're sitting here as being on the board

266which I I get but I wish sometimes we could decide like okay I'm here as I'm here as me as a parent as a board member but a lot of times I think that's something that is hard to navigate. No, it's understandable because I've had to have meetings specifically say to everybody, here's here's what I'm at. Here's who I am right now. But overall, once you're a board member, what you're an individual like that, it's kind of hard to get you, but I try to be at you. try to be like upfront be like here's what I'm saying what I can and can't say as a board member what I can and can't say as a parent and if I'm working for QA here's what I'll say on their respect but other than that this

267is what I'm you know I'm just saying using an example or CDFI or TCC or I guess everybody expects you to say something >> again I always refer to policy I mean it's a small community and you can't get away from community members I mean sure in large communities the same Yeah. >> When they come in, uh, well, they when addressing the board, you should refer them to the superintendent or their administrators, the parent or employee, and follow the chain of command. I mean, I think I've said it to you guys before and I'll refer again. >> Yeah, it's >> and it gets when you're there to enjoy a sporting event or a school presentation and and somebody's gnawing at your ear, it's not fun, right? But again, um, let them know that you I

268understand your concerns, but at this point, I can't do it because we're a part of the board and we have to make that decision. Uh, I'll take your concerns to superintendent. Please contact your administrator or the superintendent's office uh, and they'll be able to follow up on your your complaint or concerns or questions. I mean, I don't mean to single anybody out, but obviously there's specific things that I think you need to lay down as a board to say these are things you need to do if you're coming on as a board member, like without objection, like without you need to do this. And and that that's because especially like we talked a little bit about you know when Anna Kathy and I came on we had each other to be like learn learn with.

269Um but I wonder if there's a standard that we can set and put in place as board expectations and commitments to you're a board member now. Here's what needs to >> I think you need to possibly take up that in executive session. I think I know where you're going with this. >> That's fine. I mean, but I mean, >> as volunteers, I can't we can't I can offer you the opportunity. This is this is a good time to go and then it's upon the board member to say, "Yeah, you know, I'm going to attend so I can learn more." >> Right. >> So, I guess if you choose not to then I don't know. Yeah, you're right. It's not >> a board member just for an example. there was a board member that was on

270board and and uh we had you know we all went to the law conference and so his complaint was I you know I had to go to all these meetings he said I thought I only had to go to a meeting once a month >> kind of yeah know and I think maybe people don't cuz we didn't I didn't know that that's what was was part of it you know but it's important So >> I guess >> I cannot imagine that. >> Well, see even you remember um when we came in they gave us a little book that said you're a new member new board member. I don't never seen that now. So maybe we need to just develop something. >> I remember them giving us that little booklet and that was really helpful. And

271then also like that year of like >> earning those things that you can for being a board member to attend >> all the events >> the hours of like education or like >> on boarding >> those came from ASBA. >> Yeah. >> And they haven't matters like >> they haven't put in they haven't put out information like they have in the past >> like cuz that was helpful >> like your board members book they used to put out every year. I've asked for the last year so we're not doing that anymore. God. >> Well, that's what I mean. The it's still changing. I mean, there's so much changes. >> I I'm not pointing fingers. I mean, they just used to be more forthcoming with um just general information. >> I guess I always thought that

272that they would would work. >> I guess we're paying them so they should be more >> right. They be more supportive of >> not reduce that payment. >> Yes, sir. as you're having those conversations. So far, this is a list of what some of the commitments that I hear um for your review and to determine if you want to add more, modify some or or delete some. um to stay updated and to stay informed which is directly connected with B USD goals three and four to attend uh ASBA and report which is also part of uh goal number four which is um supporting challenge prioritize uh professional development as a board and build capacity as a board by sharing new learning which is supporting challenge goal for via strategic and workshops uh available supporting challenge

273goal for participating in events is to promote initiatives and such as attendance. That's goal number 3.9 stay connected which is the essential 10 which is one of the areas that you want to get stronger. Learn essential 10 and look for evidence in monthly reports and visits which is directly uh goal three. Um be an ambassador for B um as a B USD board member and also build capacity through um an onboarding plan for new members. Um is there anything I missed when you were having this conversation? Anything else that you feel that as a board we can grow, build capacity but also demonstrate that you also part of these initiative or clearly in the land building structures and maintaining success [Music] >> and we can always revisit this as well. >> Yeah, I feel like

274this is a starting point. >> I also feel like if we revisit it every quarter like when we're meeting that would be good. >> Yeah, we could talk about it again in October at our next one. So the next step now that we know that what here's what the now what how are we going to do this um how would you like to make this happen and we can attack this or also build on a monthly basis or quarterly basis what's that direction where you want to go so far I get a clear understanding of what you want to accomplish and how I can support you as a superintendent to accomplish this goal but now it is how that uh it will be the next step. Do you want to attack this today or you

275want to revisit this part two? I think Kathy brought up a good point about um looking at everybody's time frame and kind of figuring out like what we can or I don't know was at one what we could attend and pointing out like some of those things. Um knowing that already into your calendar. >> Yeah. Mr. But what is that not a how you still [Laughter] >> to maximize a calendar based on priorities or your available calendar versus availability? Maybe that's just the how is sitting down and looking at the overall ESB events calendar and calendar of school events >> and then deciding hey here's what I can do based on what our I'm happy. >> Mhm. Hey Ben, since we'll be all together at least ah we didn't even talk about the when we

276talk about the date for the October retreat. Can we get someone to take photos of us for dates? >> Yes. Um, >> shoot me on an iPhone, man. Just kidding. That' be that'd be awesome. But I just thought cuz I think that that shows too like where we're at when it comes to our commitments. That should have been updated at the front when we came in. But we need to be available to do those things and camera ready. Then we know. >> Okay. >> Is that what you mean? >> That's good. >> How >> be strategic? Hold on. Uh stay updated for prioritize PD. Um how are we going to uh be a strategic with workshops available and bring the information back? commitment is how to >> how are we going to go like when

277we go to workshops um we always look and see what's on the agenda and then we'll we'll decide who's going to go to what >> or they'll um say I'm going to go to this so then okay well if you're going to go to that and then um it was really good how um Juan had inserted the um >> PowerPoint >> the yeah in the agenda so that people could just um click on that and look into that. So for me that would be something that um I need to I guess personally figure out how to do that. >> It's pretty easy he puts everything on the website once it goes through once it goes live. >> Just download it. Send it just download and I just forward what I went to today. Yeah. So,

278so depending on who's attending the conferences or gatherings meetings, you know, >> you guys don't >> you're not on the ASBA website every day or twice a day. >> He's like everything's there. >> It's all there. >> When I retire, I maybe right now I can't. >> Once we review this, we'll make some time to review all the opport opportunities to engage and that will then give us which events they want to go and then from that point to determine what does it need to participate. Um, well, if we're asked for a table that we're at the table and and knowledgeable about what we're there to do because I agree that time we were just sitting there was kind of awkward to just sit. >> Well, I guess I >> were there. >> Yeah, >>

279I guess maybe planning. I mean, we know what events is in regards to your your calendar that you're going to provide. different events that you know people are going to be setting up for. [Laughter] and and members of the board. in order now to build capacity through an onboarding plan. Um, is that something that we can put together to see is some of the events that should be required for your board members to attend and have sort of like checklist? >> Well, if I can look, maybe any of us can there there was a book that was pretty good. immediately just kind of >> you know >> use that as a gohead >> use that as a start as a >> um in the past the conferences like um the these last few this year

280they usually had like new board orientations >> right and this year especially at the law conference they don't have one for the pre-conference and then there was I don't think there was anything leadership >> also uh another one would be uh the January, February one. >> Just the annual meeting. >> November 10th reporting. >> Oh, the Bolts. >> Bolts conference. Yeah. Yeah. >> Bolt was good. >> Yeah. Bolts was good. >> Yeah. And it's only a day. >> Yeah. Go to Tucson. >> So, Bolts any kind of new board orientation like again I didn't see one, but those would actually be requirements. Yeah. And I don't maybe the law conference. I don't know how important SLI is. Maybe that is something that comes from your office as a as an individual who gives us the

281resources and the tools. So, it's not looked at as the board is kind of making this, but your office for the for the for the for the purpose of having somebody who's going to be like resourceful and understanding of the position cuz some board members, like we said, are they're not going to, but that's up to them. that builds on your rapport with any new members even though you know them outside of that it's different to be on this side you know >> and make positive but we could say >> welcome you know encourage you to in order to get more information >> to be successful to be knowledgeable >> possibilities that are that you're going to be looking forward to >> so we won't get lost And prior to the swearing um of this

282what was different is that this this family was a first time admin um and some of the support that was provided was not only the briefings that it took about 3 hours of first time to understand the board. Um and for every board document it required uh so many other questions uh uh that came along. Um, for me, when you have any questions on on the board agenda, um, I'm respectful on your time, but when you have questions, it is very valuable when you reach out. Um, that way I I prepare or I empower you with information that you need. >> Um, when if you don't need the briefing, I'm I'm okay with it. But if you do feel that um there's many items um one one of the ways we can continue to support

283each other is take advantage of the briefing um prior to the meetings um is it what has been helpful for me this year by having those briefings and by even texting me or calling me ahead of time is not to put me on the spot. It's I want to be able to be knowledgeable of what I'm presenting, but they've been very helpful that um and many times you you have said we would like for you to come back and give us this information and we add it to when it's available for meeting. [Music] So um I think this is this can get us started and is going to give us a framework. It is going to be important um because you set the tone that you continue to become knowledgeable of the the goals and

284the priorities and how you going to get those priorities. So you hold us accountable uh and you look for that evidence and help me celebrate evidence or those pockets of successes. Um this coming year um I think it's going to continue. We've been showing the progress but I think this coming year is going to be the year that we're gonna see the biggest pocket based on the pockets of success that we experience this year. Sir, >> here's one thing that I want to express and I think is important to for everyone to understand and the reason why why I will propose anything like the resolution like I did this past meeting. the ways and the means and the manner that we take information and the way that we may ask something or the way that

285it's the way that it's uh slow or or not slow but I guess I want to say when we take the time or the the consideration or or are intentional with how we're moving through with Never to disrespect that that you all have time and business and money on on your mind. The the the ways and means as a nation and the way that we've been brought up, I feel like clashes with with some some of how the outside world might look at how things are taken care of. And I remembered that I'm seeing this because there was a point where someone was saying why did they stop and why did why aren't they just recruiting everything like they're supposed to or or there's a there's a question to why does it take so long?

286It's because we want to give it that honor in that place of the time it needs and the respect it needs because that's how I grew up. We don't we let it I know there's things that we can move along but there are also instances where we are sitting and we want to be either ask the questions because we know there's probably going to be and we want to make sure that it's pointed out. But I understand what you're saying and that those questions can be answered prior for myself and for the sake of the community. There's a way that they're used to hearing things as opposed to how we're dealing with things or asked to deal with things on this end. So it is a it is a conflict in myself too like for

287for instance our call to the audience. Nobody understands. So that's the point and place for them to make that make themselves heard. But the structure of it and the way that we're not allowed to actually engage with it is conflicting with the way the values that we have as as a as native people. We're used to having the conversation and the back and forth which I get can can turn negative sometimes and that's never the intention but it conflicts with them and it looks like disrespect and it's not intended to be that way. But that's where we I know I'm conflicted so much. It's what we do because I want to be able to to move it along, but I also know that there's there's a there's a ways and a means that we have

288to be able to do that. So, I guess I'm trying to express to the board. I know we know that there we're asked for different things and maybe we take in information, but maybe explain that to Mr. ideas on how do you guys want cuz I know how I will take it and what I do and he knows Ben knows if I'm fired up about something they usually can talk me down about it because I can I'm like okay now I understand and then I don't you know it's not it's not an issue or it's an issue that I'm like okay um but other than that expressing viewpoints as board members is important at the board meeting because it shows that we're actually giving consideration to whatever it is that's presented and we're looking at

289it from the perspective of what we're here to do. So, I'm hopeful that we can well, I never want us to be here like we used like we were at one time till 11 12:00. But I also know that ex excusing the the staff that you know don't live here is part of what I've also tried to include to be respectful of that as well. But in addition to that, you know, we're here. We ran for these positions and we wanted them. So, you know, we're we're giving it that time and that effort. But, um, I think that that's where I know I'm conflicted at points sometimes. But, I'm learning. I'm trying to continuously learning. Uh I think as a president for the past six years, it's it's I let I let that get to

290me sometimes, but I'm hopeful that that we look at each other and and can in moments of me counting on each other, which I which I 100% feel we do, but just to express that from a standpoint of how we're looking at things now and the things that we're dealing with. Um and what I'm hearing what I hear every now and then. I'm not saying I said it all the time, but the the I guess the consideration from you guys as well on how we are looking at things and what we need to be able to do to understand it so that it's okay cuz otherwise we're going to sit here a little uncomfortable because we got rushed or something. You know what I mean? Just trying to express that from the standpoint of what

291I've observed and how my self-reflection is that probably does seem like we're wasting time or something, but it's not to do that. >> M Hendricks, >> and I understand that. I mean, I know I know it is conflict, but it also because it's not on the agenda >> and so we have to be careful with that. Um but also maybe not the weekend, you know, the statement that is read you know and maybe that could be more clear on you know the expectation of the political orient [Music] because of the reason that we not only get you know just kind of giving them more information >> right >> and so that it's understandable >> because when it's when it's in law form It just it just doesn't >> we can do that. I mean that's

292something >> we can do that definitely. Um our my goal through the briefings is to empower you and to give you everything that you need. So when we meet a discussion you are empowered. Do I anticipate questions? I hope so definitely. But um it it's um I don't want the briefing just to expedite the meeting. the leading I think is extremely valuable to be able that's one of the ways to communicate and tell our story to the community and based on on on the views we know that people watch it >> and I want to continue to use that to improve but what I my intentions of briefings is to make sure that I give you the tools that you need that that way when we're here we can continue to educate the community together

293as part of 53.1 connecting Okay. Did Steven say anything? >> No. >> Spits. >> Um, I really want to just express my gratitude for our briefings. Um, because I can kind of make my briefing so that way um, you know, the information that's on the agenda, there's more to it and I pick that up in the briefing. So, I want to just make sure that I I um attend those briefings and and just make sure that I'm aware of the you know the um everything that's happening and it just makes it easier for me when I'm attending the um the meeting is I already kind of know the background to do things that are on the agenda. So, I really appreciate that. Um, I know there's a a few times I wasn't able to and

294and it kind of just maybe prolongs the meeting because then I have questions on where it could have been answered at the briefing. True. >> Um, but yeah, it's just for me it's a good thing. So, I I really appreciate that and I know you have your schedule that I'm scheduled for 4:45 on Mondays as as um and I just I think that it's important. I think it's good and if we can make those briefings it's just it's just helpful if not you know call him like was that just call him and ask that question so that way those things can be answered prior to >> sometimes sometimes I don't have time for a whole briefing but if there's something that I see on there that I absolutely like hey what is this tell me

295and then I get >> you all have a different approach you all have a different need in how to absorb information um I think I know your your styles if I don't hear from you it's you got if you have someone hard like I need answer blah blah blah that's it and then um I have something depending on the agenda um like Miss every single item and she didn't that comment that we missed shows that missing this um and then some of the background information um I I appreciate all of you u and in in during the briefings for giving me the opportunity if I don't have the answer I do have a team that knows the answer and and it empowers us. Um I have enough right now uh to get us started but

296I don't want this to be a solid document with the year. This is a reviewing document. Um yesterday I gave you some homework that I need to remember for today. I didn't have to teach you remember. So I'm going to review your homework. Um, we will learn the 10 essential tendencies here in your three word. >> Um, my essential tendency uh tier one um is the teaching of whatever we're teaching. Tier two is if the um student doesn't understand what was being taught then um we reach. uh tier three is if uh the student still doesn't understand and needs um maybe a different approach um in learning that then um then comes the summer school or comes the tutoring so to make sure that the student really understands what's going to come and can move

297forward >> your homework moving forward for the year is not for evidence of that >> you don't have detention president I uh that's a really good question to ask now that now that you mentioned it and now that it was explained what it is. >> Sorry. Curriculum calendar and lesson plan. >> Your homework for evidence is over. Thank you for not your homework. >> My homework. >> She did. actually has to do with two items. >> Yes. Um I actually have essential four tech for understanding and district formal assessment and I was I figured it out >> and the other one is incentive uh EFA with district formative assessments and backtracks. Got it. You don't have that attention. Your goal is to go before I see that you're connecting. I can see that there's evidence

298supporting again or you will own the essential thing and and if each one of you become an expert and go and look for evidence either celebrate it or ask for evidence of the system in place for those um the I believe that was it on my end other than I want to thank you for your engagement, your participation being open and give you the opportunity to continue to grow together. Um we still have a lot of work to do as you know and as you see um it is the more we stay focused on our goal the more we go into uh the reach. Um at this point I think the present >> um so just for the record at this point we'll be adjourning the new meeting here in the board room and the

299board will be at the facility walks at our campus sites. Is there a motion to adjour? >> Motion by Miss Sylvia Hendricks. >> Second by Miss Kathleen Vance. >> All those in favor of the motion bond. Kathleen Vance, >> what's up?
