oh Mr Diaz okay there's a lot to cover and I think especially in regards to the him that Gore um I don't want to get emotional I think it's important for for us to be able to help to not only celebrate um individuals like the help family well also been very very instrumental in in providing selfless passionate um service to our kids each of them doing it in their own level of capacity but in the professionalism that I think I've always seen from that family makes me very happy that he will stay and that they all stay and they all give us what they they do um Mr so thank you Mr Hill Mr Anton uh part of I think a lot of people's lives Arnold has been kind of a call it I don't
know just the person you would always see at the high school um so thank you Arnold for the years and years of dedication and service and safety and thoughtfulness and kindness to all of our students throughout the years Mr Vernon Francisco I know that's a very long time to to really give as much as a person can to to not just an entity or an agency or a business or anything it really shows that you know we built we've come and we've done a lot as a school district and we're only barely on the very tip end of it as far as new board members here but I think Sylvia and Miss Ella you know have seen a lot as much as uh so I I think that that just speaks volumes of a person
to be able to do that so thank you Mr Francisco um you can ask because I'm going to lose it go ahead okay I also wanted to add to that that um I think that the all all three of the retired Personnel for busd we're also there for our students I saw that in them especially I know I was still working for the school district when Arnold was no no I wasn't working for the school district but my children were going through my older children were going through the system and thank you Arnold for watching out for my son and for telling me what he was up to and so I thank you for that and so um and Vernon I think you you the work that you did on the campuses that you were
placed at I think you uh both were all and all three of you were there for our students okay um to Tina and the kids I I just want to say I think what we're especially fighting for is for all of our community members all of our families to do exactly what you're doing for your kids I want you guys to be very understanding that even though it may seem hard or it may seem like you it may seem unfair at times but ultimately everything that that beautiful woman does for you is is because no one did that for her and no one did that for us we had to do it and scratch out of our own lives and our own heart to be able to push so I want you guys to be
very proud to come from a very strong woman and I'm very proud that you're my family and very proud to see you guys to succeed and do everything that you have done um not only is it's just family but it's just an individual in this world is really difficult and your mom Shields you from a lot of very difficult things so just be very very understanding but I'm not saying anything to the degree that you don't already understand because I'm sure you do but I just want you guys to be very very grateful I'm grateful for you I'm grateful you're here I remember watching you be little babies and now you're you're graduated and you're going to do your own thing so thank you guys thank you Tina for really really honestly doing what we
want all of our parents to do is just to fight for that education for our kids for their kids with us not against us I know that there's difficulties and there's always issues that have to be kind of cleared up and gotten through but ultimately that end result in that goal is what we want all of our students to be able to see and have and I want I can't wait to see what else you guys are going to do um so thank you guys thank you again president mundaya members of the board if you allow me um I I also want to encourage we have a lot of our parents right now um and I want every parent that is listening of members of the community um give us the opportunity to be part
of the part of the solution um come and see us earlier the better if you start to see or as you notice as you sign in in your parent portal or when you stop and see um counselors or administrators um we can be part of the solution together and the sooner that we know the better Vernon Francisco I know him from way back when used to work for the Bureau of Indian Affairs then from there he went on to Santa Rosa boarding school Santa Rosa Ranch school and he worked there some more years then he started working for our school district and there's always out there on the field and every time when I go to school there is always also waiting and just working away and and I I admiring for that we're being
out there in the hot sun and for Arnold and he's always there when we need him when we park our cars quite a way or come and get his cart and take us through where we need to go I know one time we had a potluck and uh and he um he had make fried bread and said oh Ella I really like your fried bread remember it's fried bread not pop over yeah so anyway I just like to congratulate both of the employees and um they were hard workers you know congratulations for you on your retirement enjoy your life thank you anyone else okay should we take a short break oh Square Miss Vance before we take a short break um I just want to say to Tina thank you for for everything that you've
done for your children and the community um your children you really need to thank your mom because she's done a lot for you guys to keep you guys together as a family and that means a lot and to hear that you're graduating and and moving forward that's a good thing so there's a lot of loving in your family and you um you might not see it or notice it but as the community looks at you and is is here sharing this with you they they know it they see it so um thank you Tina and then also for Arnold oh Arnold ding Arnold is my classmate and he's already retiring stop it you still need to be at the school or no thank you for all the time that you spent with the children my
children I have always looked up to you and your guidance and and just being there to um support them and guide them that really means a lot and for Vernon I know that um years before you I really tried to teach me how to speak Gotham and I always remember Thursday which is I think it's really but I'll get there and I enjoy your retirement you guys so um thank you for everything okay we'll go ahead and take a five minute break we'll come back pictures foreign all right we'll uh go ahead and call the meeting back to order it is 6 13 p.m I apologize for the delay um I'll move on this evening to letter C is the barbecue Unified School District governing board financial report from Miss arabico we just needed some
suspense before Finance um president buendia governing board and Mr Mr Diaz I'm gonna go over the um Student Activities for me I don't think the Memo's up there but there's the um the breakdown of everything student clubs so as of May 31st 2023 the Student Activity account had deposits totaling three thousand eight hundred and five dollars and 10 cents and disbursements totaling 2 239.20 the elementary or primary student council had receipts totaling 63 dollars from Smencil sales and cookie dough sales and a disbursement of one thousand two hundred thirty nine dollars and twenty cents to pay for the invoice to the club's Choice fundraising fundraising for the cookie dough the intermediate stuco received a deposit for 448 dollars from the Star Wars Community event sales the Middle School stuco received a deposit of 165 dollars
for food sales on May 23rd the high school student council received a deposit of 334 dollars from the babo Day event sales the class of 2024 had receipts totaling 436.50 from the Star Wars Community event sales the class of 25 received 270 dollars and the class of 26 received 220 dollars from the babo Day event sales the high school softball received a donation from Coach Jones of 53.60 to cover an invoice to purchase hoodies and the high school baseball team received a donation of a thousand dollars from the Desert Diamond Casino the 8th grade promotion account received 558 dollars from sales at the Star Wars Community Day event finally the high school yearbook received 257 dollars from shirt and picture sales and had a disbursement of a thousand dollars for an invoice to Christina Stan
Standifer photography the ending balance of the Student Activity account on 531 was a hundred and six thousand twenty four dollars and forty eight cents the student auxiliary fund had deposits totaling 1945.29 the elementary received 1445.29 from Scholastic Book Fair sales and the high school received 500 from the return of the fiscal year 23 change fund the ending balance on 531.23 was 5 392.52 for the student auxiliary fund do I have any questions go ahead Miss Sylvia yeah oh it's wondering um I know that class of 2021 still has I thought that goes to statistical yes this Duco needs to hold a meeting to move that money in okay so we can't do anything with it until the students vote on um moving that money into the student council account so it's 21 and 22. yes
and then I know you have to wait for a year or something um 23. they still have um from their St their senior trip they have to um pay for the driver out of the funds that they um approved so they have to um we need invoice from transportation for the driver and that has to be paid out and then with the remaining I think they voted to disperse that between all the seniors so whatever's left we need to figure out um how to evenly disperse that between all the seniors so that should end at zero yes they had a meeting for that already and we do have requisitions in this in place for the students we just have to wait to get the invoice from transportation to um deduct that payment to see what's
left over to to pay all the students thank you no my job no that's it okay um so now I'm going to move on to the um May expenditures so the mno I'm sorry I'll wait till the budget gets put up on the screen yes there you go it's very tiny I'm sorry okay that might be too big um there you go so um let's see the mno reflects a budget balance of 249.75 that's the section right there um we are 11 months into the fiscal year and everything remains in good standing the grants are currently moving expenditures from sr2 to sr3 as we close out POS that is where um Miss Cornell is looking at what has been spent and where she can move money into um e-rate itca and teacher housing expenditures are
moved into impact Ada's payments are made depending on the fund balance an overall um I do want to note too that impact a there might be a negative balance in there but we do have quite a few money that is coded to impact aid but is sfb um so we're getting reimbursed for those items so it appears that impact 8 is is negative on this report but once we do get the money back for sfb um we will it'll offset that account so when are you expecting the reimbursement from the school facilities board we have put in um we've worked with the professional group who we've contracted to help us get the monies for sfb and so we're in the process we have sent in the POS we've sent in everything that we have so
we're just waiting on reimbursement from them um I don't have an exact date but we have been in contact quite a bit for we have about six projects going right now um so that's a big chunk of money that's coming do you know the total amount that you're um well what we have an essay for sfb right now total is 11 million but um this is kind of in a holding so it's not like we've used the impact Aid yet it's kind of been a holding account and so it's it is sort of like ghost money if you will um so the money is held there and it's not really we haven't used it yet it's just in a holding cell so it doesn't keep us from from using impact aid for other stuff is
that the building renewal Grant line item right here 11 million 11 441 411 that is part of it yes yeah and so we're still waiting for more deposits to be put in we received a few um in May but we're still waiting for more and then the eBay is that no that's also negative um yes are we getting something about that we do have deposits coming in I believe um we're waiting for were we waiting for another one Aaron sorry Okay so yes yes so it will remain negative for no when we receive deposit it'll move back it yeah so again this is a budget so we're just it appears and we estimate what we're getting in so the amount might be uh more in the budgeted amount will adjust um at the end of
the year when we we after the encumbrance period so overall we have a 40.36 percent or 16 million three hundred eighty thousand four hundred fifty seven and nine Cent budget balance excluding encumbrances and we we have received so far um 26 million sixty thousand eight hundred thirteen and twenty eight dollars in revenues and this excludes funds um eight fifty for Student Activities and 855 for the Insurance Fund do I have any more questions so you're total carryover if any is that 16 million yes that and that's excluding the encumbrances that we have so we're busy closing out stuff um or POS in our system um there are some encumbrances that are tied to some funds that may not have been used so that's what we've been looking into closing out to see what money we're
going to have freed up for next year to use on items such as housing Transportation so we've been since December I think we've been trying to close out um POs to see what we have free to get a clearer picture of how we are going to start the new year so what type of peels remain kind of out there what what do you um I believe we have some of the bigger items which is our painting um that has been done to some of the sites we're waiting for invoices for that um those POs to get closed out so we need invoices to be sent from the vendors and then the requester to approve the PO so that we can make the payment on them we also have a big chunk um for Pueblo mechanical
who did our AC units so that is a big project that is still ongoing it might roll on into the next year so that encumbrance and that PO whatever is left over that hasn't been completed and paid in this fiscal year rolls into the next fiscal year so in any of those agreements because we're we're trying to work with what we've got and just speaking from experience with that same vendor I've been waiting almost three four months for something and I'm thinking it makes me not it makes me on uneasy and analogousable more so like we shouldn't be waiting for something like that um so what is it and how much what to what degree are we including some sort of a either you're going to do this or we're going to not work with
you any further or whatever it may be to somebody because I feel like you're having to balance something that you're not really sure because you haven't received something to say yes this is the actual cost like you said I know you said it jokingly but like guesstimating some of the the stuff is is still gets to me it may not even be that or not so that's just that just caused the question I mean first question in my mind what do you feel like what's your response president with the members of the board we've been meeting at least once or twice a month to look at everything that is open anything that is pending and also putting pressure on some of the vendors that we know that we're waiting for the invoices uh some of
the projects that they have been done in phases and they're waiting some of them to complete some of those faces and as they're completing them they're sending it to us um we are being this weekend will on our end and they've been working on getting those uh from some other vendors but you're right um if we don't have that sense of urgency from the vendors we will be more than happy to look at what other vendors have in place because the next step is what can we do to support you because if there's some sort of procedure or policy that we need to put in place to say this is what we go by either you're going to or you're not going or we're not going to enter into any kind of more agreements exactly
so do you do contracts with these members okay so in their contracts is it somewhere stated that you know you have this timeline that we need to with these invoices I believe there is a completion date that is stated in the contract um and they I I believe before um I came on there was an agreement to not hit that fiscal year with all of the the um open exactly with all the fee and so it was asked of the company to distribute it um between uh last fiscal year in this fiscal year um I don't know where the project is exactly in this fiscal year I think it's almost complete but if it's not like I said we'll have to roll it over into the next year um and I know Sherry has been
uh our accounts payable has been on it calling vendors asking for invoices and then getting with the requester to have them approve it so she can make payment on it um she does an aging so she looks at all the POS that are um open and when they were open and if we've received any invoices to make payments on so she's trying to do her due diligence on that part but um if I may may we request that information at least be shared to the board so we can see what's on that using report especially what's due to us sure sure yeah and that that's what we look at when we meet um a couple times each month too I know we can't do anything per se but I think it would just be good
for us to be able to see because we approve some of the projects yes and we're expecting that they're completed when they're supposed to be but that's not on you that's on what they're also entering into an agreement to say okay yeah we're done and if there is any instances where things are held up by the nation or by whatever we're understanding of that but at the end result is I don't like guesstimating but that's just I know that's just how we do it but maybe there's a way we can help to support that some way to get it I appreciate that yes yes we'll follow up on President and we'll put a due date by when we need it and we also I'll review the contracts and also see um if they're not doing
their part meeting the end of their deal we'll look for legal cancer and help proceed and again granted a lot of things play a part but there are moments now where I even with the vendor that we're discussing I've gone months without even a response to an email which really makes me angry but that's on the on the other side of what I do so I'm thinking if you're dealing with that then that caused all the kinds of other things to question yeah who are we dealing with and why should we be if we're not going to be treated as a we should we deserve a response B what's the what's the difficulty in invoicing me or getting me what I need I agree um part of our due diligence and what we tried to
do is we set deadlines for no you know you can't no more purchases after this date so that we can close out and make a smoother process because that in turn also trickles onto the audit um so oh yeah oh definitely yeah and if you can't close those out by the time you're supposed to start a new budget or by the time you set a deadline to close the previous then yes and you don't even have funding for that because you have to expend it in your current year I mean you should have you had it budgeted for your last year exactly yes yeah good things so the majority of those are happening with outside vendors but we're okay and we're on track with internally everybody's turning in what they need to so that way
yes we have a lot of departments that are working with um our AP um to go in and close out accounts they're getting invoices for us they're telling us that um certain POS are okay to close out that they don't don't expect to receive anything else on there um so the team is is working on it so yes thank you the moratorium do you set a moratorium date like four of the physical Year yes like I can't spend past yes um so we our first date our first deadline was in May May 15th um but then we did have quite a few monies left in Grants that we needed to spend so then we extended out the deadline um I believe it was June 10th no I'm sorry I think the first deadline was in
April April 15th and then we we pushed it out to May so that we could um spend those monies in the grants that needed to be spent so um anything after May which is supposed to be grant money used but also those items have to be delivered and on-site by June 30th so if they weren't going to be delivered by that date then it wasn't going to be push is there or can you speak to why those grants were not expended by the date that you're intended I I can't I don't know um they just moved money around and they received they had more money to spend than they thought they did are you talking about sites sites yes yeah we had the schools spend out more so they um I believe Mr Figueroa our
grants um coordinator got with them and and went over and so they started putting and they were very quick about turning in those requisitions to spend the money so that wasn't that wasn't an issue for us it's just how it was yeah or I know they had some returns to that are waiting in the warehouse so once those items get returned then that money gets put back into that Grant and it needs to be spent president mundia and members of the war and there was also some additional funding that were also were granted that my last meeting for project aware and we also needed to extend some other deadline um and I also have some of my principles here and if they want to speak to some of the CSI Grant and how it was
possibly modified um that needed to extend some of the money or the due dates on their CSI grants uh if you're more than welcome to um jump in and elaborate if you had to modify I know we had some positions that would not feel that at the end they needed to modify their CSI Grant as well go ahead sir modify request might be has to go through a process so whether you wanted to spend it or not you'd have to go through a modification process anyway okay no I think I understand I'm not telling you I'm just okay but I think um this these co-vid years have been the crazy years because we've had so much extra money so unfortunately next year well after next year it's going to be a different story back to
normal a little a bit more selfish with our money so have you and maybe this is a good time to to ask and request of you what that prediction might be with the monies coming in well you said after next year there's going to be tiny what does that look like well after next year we won't have we won't have the Esser monies after next year so that's all going away um and I think we've been very good about spending the extra money that we've had and using it on stuff that we need but it's it has been that so I don't believe that it will take away from anything that we need or um to run as a district it's just extra money we won't have um so what does that look like though
I guess that's what I want to know like what is extra I know that there's some non-negotiables or some probably things that absolutely cannot be yes like the mno in our impact Aid will still be on track um we are going to be very conservative um because we do want to have a reserve and impact Aid so we're we're working very hard on um trying to keep that in line we have are implementing uh budget restrictions in the system um I'm going over that right now with our Tyler our accounting software and with our auditor consultant Karen Smith we are going over um putting budget restrictions on when they enter in POS they have a budget in line and if they go over or they're say they have a budget in a line an account
code for five thousand dollars and they're trying to spend six it will not let them um submit that requisition they will have to go back and look at all the other requisitions and see where do we have money that we're not spending it in this open po maybe we can um make this open po 3000 rather than six and then we can move that extra 3000 into the fun that we needed so um those are new things that we're putting into place to help everybody stay in line with the budget because I think that in past it's been allowed to go over and impact they will just make up for it but going forward that's not going to be the case president members of the board there's also four steps that we have discussed as
as a cabin cabinet and part of our initiatives for next for next year includes four steps like Christina said the number one every every department is going to get a set a budget and the budget is going to be based on the balances that we will be able to afford and we will not be up we will not be allowing the uh the Departments to go over or the schools to go over into those budgets number two we have set our goals that each year we're going to be allocating a minimum of four million dollars on our Reserve so in the next three years we'll get back to a minimum of 12 million dollars in our reserves reserves um and number three um we have um restricted also for next year um any other any
all the traveling that will take place it needs to be aligned to um that with your goals and the initiatives that we will be uh rolling or uh moving forward and the last one is um only programs that support also the three-year goal will be um supported and we will try not to bring any new initiatives um any new major changes unless there are a strategically aligned to what we're trying to accomplish uh we do believe that having those steps moving forward will not only put us on on the positive once again but it will be able to have a healthy budget to make more financially responsible decision for the benefit of our staff and our students so through your budget process and I know that the board has to approve your budget anyway but
through your budgeting process and and I think as far as the board on behalf of all stakeholders um what is that who decides what the restrictions are and how how do you go site by site and look at what the priorities are do you determine those priorities or do you just line it up with what we're seeing in your three-year stretch goals we look at the history friend of what has been going and what we expect to receive in the new year is what we look at when we're doing the budget and where it gets allocated um the state is the one that sends out the budgets with the formulas so we do have some restriction where we you know have to spend a certain amount of money or percentage of money in certain areas
so we are restricted in that way but we do look at the trend on what we we need um what the sites are telling us that they need the amount of staff that they have at each site goes into play also um so we take all of that into consideration when we're looking and we try to estimate what the increases will be for the next year inflation we look at those types of items also in addition to that we haven't had and we will have we'll have a grant writer um next year so we're hoping that we will see extra monies coming in that way too um sorry I guess Mr Deuce go ahead in the first two months um in my 10 years as superintendent every department and they wrote it to your plan
but also they wrote down what was the budget that was needed based on on their the areas that we're working on um specifically when it comes to uh technology they have a five-year plan in what they need um transportation we're working on multiple options and operations I know that based on uh the number of work orders as well as items identified we do have a half a million dollars based on just safety alone plus another 2.5 million dollars needed on repairs so we do know uh what needs to be what we need to be spending the money based on the conversations that we had then we needed to determine in how long uh we're going to be able to then address and attack this list of each department has based on the funding and The
Limited funding that we're going to have and I and I only asked I feel like we do have certain pots like CS like CSI you don't we don't technically want to have to get CSI you know what I mean it's it's it's intended for a purpose that I think that we want to kind of pull away from so I'm glad that there's a there's going to be effort to look at other grants that can help but what I do want to make make sure to start doing is be very open and transparent with everyone Staffing all included that in eventuality things like interventionists shouldn't be what we continuously have to look at you know what I mean as opposed to the what what we're what we're seeking for our students so I just I just
I just want to make sure we're having that conversation so that it's open and clear and in the open that we've been talking about this and this is not something we're coming out of left field with and that it's not something that we're not planning for but also understand that some of the things that we have been doing have been just status quo I don't want to be status quo anymore we want to achieve and look at greatness as opposed to settling for a c sorry to use that analogy but that's in my office is everybody okay okay that's it I just wanted to make sure because if there's anything that we can do to help support like I said then I want to be able to I appreciate that thank you okay nothing else
for the all right okay thank you letter D is our Indian Oasis Indian Oasis are meat intermediate Barbara Curie high school and middle school handbooks are there any questions from the board or comments or do you how do you want to do you want to just if there's any questions answer them if not go forward or I read that there are some things specifically been taken out but I didn't see anything that jumped at me president media members of the board the principles in in the each school they have taken the time not only through you the handbooks but also to align and make changes based on our three-year plan um and also some of the requests that in in in priorities that the board has made it um has highlighted including in discipline um
we wanted to give you a gift to give you plenty of reading for the summer so we have provided every single handbook um we'll be more than happy to answer any specific questions that you may have I have every single principle um right now available if you would like um to proceed we can go different ways I know some of you have did not have the time to read the whole package or to see um I can have each principle to point out some other major differences that they have me they made in their handbook for for your awareness that will help you um or you can um give me some directions how would you like to proceed to ensure that you feel comfortable and adopt these handbooks can't be good well I just wanted
to make a comment regarding the handbooks and I kind of I haven't read thoroughly through them I know I've noticed you know the highlights I guess I'm assuming those highlights are either additions or changes but I do want to um I don't know I do want to comment on the intermediate the bubble key how you've included that in your handbook and I think in order for our district to be consistent I feel is that I think all they have books should also include that but you know that that that's kind of my opinion but you know that that was the only thing that I and like I said I haven't thoroughly gone through them but I did kind of go out through them and saw where you know they were highlighted I know which again
and then just to comment that initiative being a district-wide initiative I would assume that that would be kind of par for the quarters but y'all tell me um that is correct it right now um I want it's part of our in um a strategic plan and a two-year plan that we we're supposed to be implementing RCA engagement in the tone um we do have it in the media that they have um specifically highlighted and pointed it out um based on your recommendations I will work with my principals uh to determine how we can align them as well I kind of I kind of went through all of them but in the um in the elementary there's a section in there and it's kind of way in the beginning and it talks about the um the
dress is it the um the face masks and it's it still had in there unless it's changed by now um that it had something about uh must be worn inside the classrooms from the face masks and and I can't remember it's way in the beginning of the the handbook on that first uh the first uh little thing that's what I read do you mind opening up the primary uh handbook um it was one of our efforts to remove as much language from covet so we can go back and double check uh Miss Enriquez Do you have a good time maybe maybe maybe it was removed because I read I read it first and then I read it down the line somewhere else it was diff it was the same it looked like the same handbook
can you do a control F in type mask it might yeah it was beef it was one of the the Pre-K wasn't the um we're doing a quick search and it doesn't appear that is there in this document no not that much it wasn't that it wasn't the Pre-K it was one of these I think it's that first one a second page 17 yeah it was on that one okay yeah so it does it does state that so I just wanted to just bring that to your attention but your handbook and and that one is my favorite one out of all the sites because it has the obligations of the of yourself as the administrator it also has um the expectations of the teachers and your expectations so I love that part I love that
handbook I love that what you've done with that and I and was hoping that we would see something like that in the new no books because I know I brought that up last year but it did it's it's not in there so um just uh letting you know that principles copy and paste Anna can I request to have the principles um share highlights from their um books their handbooks your highlights if you don't mind coming forward and just give us the major changes that you made on your handbook and give them some of the highlights to our board members and for the rest of my principles if you don't mind going over your handbook and be ready for your highlights um so I did include a memo on the different revisions editions and um yeah
that one I think the major thing was we removed all the covid items I did miss that one thank you for catching that um and then we just updated all of the um dates timelines names if needed to be addressed um there was no really nothing really big that changed it was just Minor Adjustments that we needed to make and then make sure that they were aligned to policy Transportation changed we updated that one there was a technology change in I believe some of the fees for next year um so we just made sure to add all of that yeah um yeah please so the love can I ask before you start what's the what's the change to Transportation why was there a change um we have removed all of the coveted language from the
Transportation handbook even though now we're going to be now addressing any signatures like we usually do any has to do what anyone any what any moving forward we're going to continue to address any sickness in the way that we um address any other sickness we will not make any exceptions with Kobe okay sorry Miss the changes were pretty much similar to um what Miss Enriquez had said the biggest change as well is on mind our intermediates is that the logo was changed because our Roadrunner was not we kind of stole that Runner Road Runner so um we changed the logo we had a local artist make the logo for us and so I found her at the um at the sales District uh Market that you have yeah and so one of the the ladies
there made the the logo for us and so we'll be using this one from now on instead of the Looney Tunes Roadrunner um and then there was another um section that I put in there about the curriculum and instruction so that the parents could understand or they could at least be familiar with some of the vocabulary that when we're talking about instruction what type of program we're using I tried to read it as a parent's point of view of what my if I had a student here then what would they want to know as well as adding the Volvo key because I think yes we implemented it but we haven't really got as much parent participation and parent involvement for them to understand what bubble key is and why we have it and so I
try to put it in there as simple as possible and not too much where I'm writing a book and so when we want to try and get them in so they can start learning more about the bubble key but everything else is pretty much the same changes as primary it's good I think that's a pretty good point because the parents are just coming in or they don't know them and students and then um Miss Flanagan and myself and Miss Leyva just got back from house Mania from Ron Clark so you'll be seeing a lot more stuff okay Lewis I just want to say thank you for sharing that with us because when I went through it I didn't even see that the change on that I just I don't know why I I didn't even
see that and also with the with the geek that you have highlighted on there like they're all on there so thank you Mr Fox if you don't mind uh coming up until she is a little bit ready and I've been um I put her on the spot today that she's going to represent uh the secondary I understand um I'm not seeing anything for the no no I turned it in it's on the tracker so I can I can address the changes the changes are all very similar transportation technology agreements um we do have a logo a little different logo on there it's it's the baa you've seen it on our board reports barbecue accelerated Academy we do need to add the Bible key and we will make those changes we've tried to mirror it to
secondaries so that we have cohesiveness between the two campuses so there's no difference really between secondary and ours names differences there are minor differences but if you looked at them they're coupled together because the schools are kind of lack of better terms joined at the hip we we do things similar our schools work with their schools very very closely did you say you didn't update the Grievances the updated grievances of the grievance policy we're going to take that right out of the district grievance policy whatever that is but we're gonna take it exactly from what the district provides us so that again we are in Unison with the district and the awesome version of The Accelerated Academy is also okay that was going to be across too and I and I just just just to
be just to be I don't know um I was hoping we might be able to put the autumn kind of highlight it above and in English below okay yeah absolutely absolutely because I saw I think primary has over the subconscious yeah I'm with you again yeah not that's a piece of cake local control thank you okay thank you guys Miss Leva I know I know it but but I did want to know um there's pretty extensive changes in their regards to like discipline and all of that stuff I I guess if there's anything you want to comment on them this one came to representing the animal proprietary and as I was reading it I noticed that there wasn't like a a detailed explanation of what would happen with the first consequences taking consequence so similar
to what I did I just stole it from the intermediate of what I had done there is I just added Donuts so I just asked her to create a more step-by-step like consequences of what was going to happen specifically with the cell phone issue and then everything else I believe were changes that Miss sudam and the team had already decided on prior to me coming along so like the intervention key that's on here with the tier one two two three you had a kind of laid more into that okay oh that's easy too you can see hit your butt are the so I the way it's the way it's set up is that um the bubble kick are they also on there as well because I really like the idea I mean they're coming from
the intermediate site and you know how strong it was over there I'd really like to see it happening at the secondary site as well it would just depend on how long I would have to make those changes if that's even allowable because it hasn't been approved yet okay this is just informational this is the information Jesse session okay thank you okay so now um I I read all the um the books Ella Grace couple of hours but I read them but anyway I just want to make one comment on the at the high school where you have vehicles students bringing vehicles to school I know there's a policy um for them or they have to fill out a form and I believe a parent has to sign for that too so I was wondering if
that's being used I'm I'm not sure I would hope that it would be but I can certainly make sure that it does I I I'm sorry I don't know okay yeah um that's good and I like all the information that's in there about athletic fees and things like that and there's a and I like it thank you your question is about the um the parking permit for students correct yeah okay question I will be very keen on how many actually have it and you're so cool Mr Diaz president would you support I'll be working with my principals uh to be able to make sure that we make the necessary changes to add the key keys information uh make sure they have the name in Autumn on top and the name in English on the bottom
to also include um language related to our three-year goals related to attendance and academics and remove all the coveted language that we still found and we'll be more than happy to make those changes thank you letter is the information item on barbecue Unified School District school science department organizational charts Mr Diaz president and members of the board you have received some of the organizational chart is starting with the um with the district we have to email it to all of the board members but I wanted you to see right now the copy of the organization charts for the schools during the retreat you will be also receiving an organization chart for every other department for to to study for today you'll be looking at the organization chart for the schools Miss uh Sylvia no questions
just on the posd organization yes Administration under um Community liaison um isn't that Lois Lewis Luis Luis is my dad I apologize on my decoration oh toa's teacher on assignment right yes it has a Midfield looks good some of you got flashy [Laughter] any other questions you okay okay all right if no other questions will move on letter F is our barbecuing principal reports president when do you have members of the board at this point I will ask once again my principal Mr Enriquez to come in per se no introduce her video as well as highlights on her report good evening again president buendia governing board members Mr Diaz I have submitted my board report in writing I hope you had the opportunity to read it um we started the year with I want to
say 320 some students we ended with 341. um our attendance was a roller coaster this year um I'm hoping no I can't stop saying hoping um next year we will increase the attendance school-wide we have a plan in place we've been planning this year on what we're going to do to increase that attendance um if you could scroll up and then the major highlights is we have been partnering with the United Way and the um Head Start first things first and they provided all of our Kinder through first grade students with 12 brand new books um they set it up like a a book fair and the kids got a bucket and they went in and they got to pick 12 books to add to their summer Library um our read and respond challenge that
you won't see in the video they earned 1 633 pieces of duct tape to take me to the wall and the biggest thing at our site and we are so thankful to jom for purchasing our new vending book machine um they the kids as you can see they after they're done eating lunch that's all they do is they go stand by the book machine and say I want that book I want that book it came with these cute little coins so we are going to develop a plan on how they will earn those coins so that they can visit the book machine and so now we can go to the oh I don't know if you want to talk about data president mundia members of the governing board um I want to be make a
big shout out if you take a look at the report when you look at November and December attendance which was in the 70s um and uh all of the work and effort from this school and how they have changed and increase their attendance our goal is 90 by school by grade level and by teacher and I want to point out that I want to give a big shout out to the third grade teachers that they earned 92 percent attendance and also back in December there were 79 so they the major gains in attendance and um also to congratulate Ms Enriquez because it was only one point away to meeting not only the 90 by school but also one grade level that has exceeded and she has a couple of grade levels that they choose only
as keeping a hub to be able to reach the 90 congratulations for all the hard work secondly when you have time take a look at how she reduced the minimally proficient to almost zero in many many areas just when you look at the graphs I'm very happy to see the growth in from the pre and the post if you look at the non-profession that went from um the left and the beginning of the year to the right at the end of the year how he has decreased and how she continues to increase um in every grade level the bars on the other and the other proficiency levels I'm very proud of the work of the students and the teachers thank you so much for the growth as well [Applause] video thank you [Music] [Applause] [Music]
foreign [Music] [Applause] you know what you know what yeah [Applause] [Music] [Applause] [Music] foreign [Music] [Applause] [Music] foreign [Music] back oh no [Music] good job [Applause] I am going to show you what it is but I'm going to need some help over here so you cannot run up here I know it's super exciting but you'll get to see it at lunch time you can walk by it you can see what's in there but where you're at just stay right there can we do that give me a thumbs up all right here we go [Music] ready [Applause] foreign [Music] [Applause] [Music] [Applause] [Music] all right [Applause] now foreign [Applause] [Music] [Applause] principal Enriquez regarding her video or her report no questions thank you so much for everything you do put your hands together and now help
me welcome is um principal in the video she's making her way over here I want to please I want to convey and share a shout out for that actually you're probably gonna do it huh go ahead no I want to give a shout out again our attendance goal is 90 attendance by school and by grade level and by teacher I want to point out and I want to give a big shout out because as a school they have reached also the 90 percent attaining so let's give them a hand by grade level two out of three grade levels reach over 90 percent attendance and we have one grade level that was one point away to reach the 90 attendance so we have two out of three agree levels that have reached that ninety percent goal
so please let's give him a hand we also want 90 by teachers and I want to give a big shout out to the following teachers they have reached the 90 or above attendance Mr Flores uh Martin um Mr Cody um hilwa miss hilwa Mr Marcos Mr Bala all of them ninety percent and above let's give them up again thank you for the hard work back to you Miss Piggy Lewis thank you um good good evening board members and superintendent Ruben Diaz so um I hope you had a chance to read my report I did want to add that um or welcome you to our event for June 23rd we will have the Tucson Police Department and uh one of the retired generals attorney generals coming to the intermediate campus to drop off some we want
to start a partnership with them so they will be coming with police officers and their cars all dressed up they will be coming and delivering toys and backpacks and school supplies and then um we will be they will will take them to primary campus to see some of the students so they can get an idea of who they're giving these items to so that is on June 23rd from 8 to 10 in the morning and then um I wanted to say thank you to the third grade team and the rising fourth graders who will be coming to intermediate campus for inviting me to speak to their at their promotion that was very exciting to see them and then um we also have a today our our vending machine also arrived by jom so super excited
so the students have not seen it obviously so hoping that no none of the kids are watching this so they won't know and we can still surprise them and then um another thing was just adding that on our school data for our benchmarks that we are very excited in the graphs that you're able to see on the third page that we were able to um get lots of students moved from the not proficient to minimally proficient and above so looking at the colors we're very glad to see the red because the red increase [Applause] you can show our video now thank you [Music] foreign [Music] thank you [Applause] [Music] don't know [Music] what's up [Music] any social media movies [Music] Frontier [Music] I feel my feelings way too strong wish [Music] thank you [Music] again
foreign [Music] we can take this fast [Music] can you tell me [Music] foreign [Applause] foreign [Applause] [Music] [Applause] country good evening president when the governing board members superintendent Diaz community members I am here to present for miss sudam her initial intent was to be here but was not able to so um I hope that you had an opportunity to take a look at her Port report that she submitted and there are a couple of things I want to highlight we want to make sure that we thank Joseph Lopez from faded maze Creations they designed the wooden medallions and shell necklaces for our eighth grade students that promoted and the basket necklaces with the bubble B in the center for our high school graduates so this could not have been done without the Jon parent committee
for approving the funding and awarding these amazing gifts also a huge shout out to our sponsors Miss Martha Hernandez for 8th grade promotion still on the first page um the 8th grade promotion sponsor Miss Juana Antonio who was the senior class advisor they did a lot of work they put in a lot of work for our promotion and for our high school and both were a great success we want to make sure that we extend our gratitude to Mr Meese and Jeff Juan for planning our annual end of the year field day thank you to all of the community members that joined us that day and provided our students with a full day of Health wellness and fun and last but definitely not least we want to thank Arnold Anton security for 30 plus years
that he served at Babel kieber Unified School District we want to wish him well on his retirement we want to thank him for his time commitment hard work and for the knowledge that he shared with us during his tenure and I'm so sad that I will not get to be working with him again um and then if you scroll down there's a couple of things we want to highlight if you look at some of our post-test data the boxes have been made a little bit thicker so if you keep going I think it's like maybe page five right here so you'll notice the growth um we highlighted those areas pretty significant growth and then the video is going to be a small picture of what our seven learnings that we've been talking about so this
video is going to give you an idea of what those seven learnings will look like when we're on campus no no [Music] no no [Music] foreign [Music] thank you [Music] foreign [Music] foreign [Music] foreign [Music] members of the war um once again I want to give a big shout out to our eighth graders they have reached 1080 attendance for the school um let's give him a big hand for all of the work that they have done most importantly in December they were in November there were 77 December 79 by the end of the year they they close a year with 90 attendance for the month of May um I also had my middle school there were the the at the highest level at 88 that were only two points away from reaching the 90 so
I'm looking forward to your leadership so we can have many more grade levels and 90 attendance take a minute also to to go back to the report when you have time and I want you to take a look at the amount of students that how the high school uh almost abolished the minimally proficient and the kids move through the other levels so you can see how some students they grew two levels some of them three levels some of up to four Mastery levels congratulations uh to the uh Baba Kiri uh middle in high school any questions or comments to the report on the board we look forward to an amazing year for you thank you thank you Mr Fox good evening again president buendia board members superintendent Mr Diaz um just some of the highlights
I had completed this report um with the dates of 523 since that there was another couple what six seven days left of the month um eight more courses were completed which rounded us up to 56 for the month and another 50 active 50 or so activities were completed that put us over 2100 for the month and for the first two weeks of June we've had another six courses already completed um so our kids are still working they're still out there and they're still making contact with us um attendance is saw it's staying pretty stagnant in the middle school the high school dipped again a little but that's with the influx of students it takes a little while to get them to where they need to be so that's why I one of the reasons our
attendance fluctuates up and down is because we're still training some of the new new folks that come into us at any given time during the school year um but besides that our video is not what we did in the month it's all about our graduates every single one of our graduates received this video it's very personalized it's very special to them they and Miss armenta made the videos together so I hope you enjoy the graduation video [Music] purple [Music] foreign [Music] thank you [Music] cool this what are you doing here you got somewhere to be what the heck thank you [Music] [Applause] [Music] thank you just waking up in the morning gotta thank God I don't know but today seems no congratulations to our iohs m2023 graduate we are super proud 2023 was most definitely
a good day just to add their little nicknames that boss that smile that that came from our other students watching the video after it was made and they started saying stuff like hey look at her style so that's when they started adding those so they didn't make those up themselves kovias didn't brag about his own smile and Miss finesston didn't didn't brag about herself that was other students and staff responses to what they watched and then it was re-edited questions comments nope no thank you Mr Fox thank you guys very much if nothing else for the principles report so move on to letter G's or barbecue Unified School District governing board member reports does anyone have a report I'm going to tighten them up for next month okay yeah I have typed into DT and
they don't have a report um other than just sharing attending graduations I wasn't able to attend most of them but what I did attend and I really appreciate the videos uh because it gives us Insight on what's happening at some of the events that have occurred that the graduations but I do appreciate everybody's efforts and it was really great to see everybody complete and finish anything else you type it up go ahead you're okay thank you Miss Vance um I didn't submit a written report but um I did try to attend all the graduations this this year the promotions and I really um enjoyed all the um everyone that was together all the families all the you know how much um hard work that went into all of the the promotions the ceremonies the graduations
it was really neat to see that um and I really want to thank the the teachers and the staff and and you know the people that are with their children all year round they um it's really good to see that and and you know even though um someone had mentioned why why are there so many promotions that used to just be a sixth grade and uh or a eighth grade in a high school or kindergarten and I started thinking about that and I I started thinking about you know how the efforts that we put into um encouraging our children to be better and to when they first start walking and they fall and you always encourage them to get up that's one of the main things and I think one of the main reasons that
we do this is because we want to we want them to know that there's there's people that are there to support them and it shows it showed in all of the Gatherings that took place so you know that to me really stood out um we went to the National Congress of American Indians um this past week and we we had um a presentation regarding him and back and where we're at and and showed um the numbers of uh the increase the data that's that we that we see that we're looking at and how him that place are a huge role in that as a school district um as a community and we did we even heard from schools even though we didn't have a pack room we had people there that really wanted to know
how to go about fixing things in their area and and we even um met with with a group that lost their school lost their high school because of their grades their grades at the site and that was really sad to hear so the efforts that everyone puts into trying to get our kids motivated and and uh be in school the attendance all of that matters and so that really for me it was sad to hear that um I really I really enjoyed the presentation and and being there and to be supportive and then at the end of the week we we had gone to the um the um asba Leadership Institute and Flagstaff which we I I just got back on this past Sunday and um we met with our counties and and talked about
what we really wanted or what we thought was um important in our areas we make connections and I have no Reuben had really enjoyed uh being there and I can't remember the girl with the red glasses I don't know her name but I was hoping you remembered or you knew her name because she was so nice that she came from one of the reservation uh Jamila and she was from she's up north somewhere she's I think she's novel didn't he right Paige I want to say page but anyway um it was really good to see her smiling and stuff um I know it we we had gone to the black Alliance caucus um we also were encouraged to join the black Alliance caucus um as well as the rule schools caucus and also because we
are part of the Native American Hispanic caucus but they stressed that you know even though uh if we had just one black student in our school we needed to be at that caucus we need it to be part of the black Alliance we need it to be and because we're a rule we need it to be part of that because there's things that are talked about in those Gatherings that we don't hear we don't hear and if we're not there at the table to listen and to to you know just to take part in that we're not servicing we're not uh all the schools are all the children are not being represented and that we need to as elected officials and and the school we need to make sure that we're there for everyone so
that was really um highlighted and I did enter the salsa contest like that's awesome salsa Chop Chop chopped I entered that contest but it was really neat because and that's it this is an idea that maybe some you know something can happen here is that what they did is they had fifth graders you know with regards to measurements and all of that stuff uh come up with the recipe on how to make salsa and how and what to add in the ingredients so each one of us had an ingredient I mean uh we had um my mine was called uh Bonitas salsa and it was it was a list of um what am I trying to say here what was that she the recipe it was the recipe for that for the little girl that
submitted that and so we went by that um and Desiree Fowler from page unified she she was my um she helped me because I went up there by myself and nobody joined nobody wanted to join me and and then Desiree was there so she came up and we made the salsas together and we didn't place or anything but it was good salsa and so that was neat because you know this fifth grader came up with this idea of how much ingredients based on measurements and all of that so I thought that was really cool um there was a lot uh Frank kitchen who was the main speaker um he really talked about [Music] um you know just overall I guess for me it was like uh you know just coming together and just and just
um continuing to work hard on what we're doing and and keeping in mind that the children are the focus so to me that was really that was really um a good thing um and I think that's all that's all I have thank you I believe that is all for the reports this evening so miss Ella I wasn't listening I guess I didn't understand that question but anyway um on my report um I did attend all the promotions and um graduations and everything was so nice and I didn't go to preschool and uh I just want to congratulate all the students that have been promoted and hopefully it's our high school students will go on to college and and uh also um supposedly a Intermediate School visit but it was canceled but I still I said
I was already on the school grounds I just went ahead and see miss biggie Lewis and we went I thought I'd go visit my granddaughter's class you know but they were all in that a culture class they were all singing and dancing and preparing for the next day's Community Day and um it's like to um and then miss Larson formed working so nice deal with the students you know and they were learning a lot from her and I I enjoyed that um watching them and then the the Congress and now Flagstaff and um everything was really nice you know that I thought the subject that um yeah I'm I'm going to mention is um what are the most effective methods of community communication as a how do we measure what works does it make a
difference of the communication critical or general does it make a difference this communication is from is the communication the superintendent the board principal or teachers the data is the best tell a story um using data how you gather the data data matters community outreach is non-negotiable use the data to develop evidence based on policies and then the message around issues is issues management or crisis management current situation to an environment dissemination information via mass mass media and then about the leadership how do you how do you define leadership and good good leader clear communication good example recognition inspiration Integrity vision focus on team support clear goals encouragement and then for today's special it's um recognizing um your staff or it's a birthday cards say thank you social invites group Night Out special Awards public recognition

learning director thank you for focusing on building uh for the lessons that you're provided and focusing on friendship handling difficulty uh handling difficult emotions and anger management to our little ones uh those are skills that they're going to carry on for the rest of their lives and also for the bringing the bullying policy and also how to report bullying I think I think you to our director on social emotional learning and I'm excited also to see our kitchen at the Intermediate School um it's been remodeled and to see the progress that was going on we look forward taking the board once it's completed having said that I also submitted my report in my main report on my main video that I'll be showing shortly um it was a challenge because I had over 600 photos
in in videos that I need to condense in seven minutes and it was quite a challenge but it was a testament in how to encapsulate everything that my principles are doing my directors are working on and I want to thank all of you for inviting us to the events and be witnessed and witness um the hard work of our teachers our students um and this video is dedicated to all of you thank you for your support and congratulations on finishing another year and I look forward to starting a new genesis that is around the corner of July having said that Aaron if you don't mind playing the video please enjoy foreign [Music] foreign [Music] thank you [Music] foreign [Music] outside being behind the legs go go go go go go go go go go come

be able to help um it's whatever way we can and I'm talking about also reaching out to our Community Partners or anyone kind of help incentivize those that are teachers especially that are making a 90-day Mark or I I get that there's instances where you are ill and maybe you cannot be at work but those that actually make the effort to be here and present not just recognizing them but maybe finding something in our way we can actually give back to those that are meeting that month absolutely possible I mean I know we do a lot for the students but I think again teachers and anyone else staff especially because we do ask a lot so I'm just I'm just throwing it out there and I'm not I'm not saying we need to come back
with anything I'm sure we can gift of funds anything but um there are all the districts have funding they can help the nation has funding it can help legislative executive just throwing up we'll be happy to reach out and to be sponsored yeah I was thinking a trip or something but no I just thought about that because I I I I I I I know we ask a lot and I know we also give a lot but also you know maybe there's an opportunity for us to be able to help um I just want to just say that that you know what you brought up is very important and I know that there are communities um like um or whatever I think I've done that wrong who are willing to do that because the um
and I think we in in the new position for next year I think isn't that something that was kind of looked at as far as what can be done because I really think that is important and and it will be so cool if it starts happening because that is truly a community supporting education supporting the efforts of the staff um not to not to also Overlook any of the other staff members but especially our drivers you feel like that might be an opportunity because from what it sounds like they're pulling overtime on top over time and that's something to be really highlighted or commended yes they're not just money I mean with anything else we can anything I love for Mr Diaz Sylvia anything first Anna let him have it all right awesome letter I
is our coaches and Club sponsors Special Olympics coaches uh Bert cell and Kenneth Wilson just for your information board with that if there's no questions we'll move on to number six are action items letter a discussion impossible approval of notice of public hearing set for July 11 2023 for barbecue Unified School District to have a public hearing and board meeting to adopt this fiscal year 2024 expenditure budget Mr Diaz President we look for your support and the government board members this is one of the annual uh businesses that we have to do to be able to um we recommend to the public Unified School District governing board to approve the request for a public here uh here in um July 11th uh 20 22nd um on the 2024 expenditure budget as presented there are no
objections a motion to approve is there second by Miss Sylvia Hendricks aye sorry letter B is the second reading of the Arizona school boards Association policy advisory 744-3747 are there any questions if not motion by Miss Sylvia Hendrix I'll second hi discussion and possible approval letter C is the of an intergovernmental agreement with Pima County Joint technical education District are there any questions to the item yes I have one too but you can go ahead no my question is is this um this is a yearly thing that needs to be done is there any changes to it um there were minor changes uh some of the changes uh the the superintendents from B mechanical got together uh because we wanted Clarity on the percentage uh the 70 30 um we are waiting for us one
attachment that specifies the delineate um what that what that covers um but most of the language is still boilerplate language from Pima County I am yeah I'm appreciative of the boilerplate however I do want you as the new superintendent to really thoroughly go to especially with Mr Airman but on behalf and let us know because I know I've been trying to read through much of it but I don't know what you have observed and things that maybe you want to make sure are included in there that we can support you on because I know it's run-of-the-mill every year but you know wherever we can just just quiet myself yeah so I guess that would be my idea are you are they going through getting looked at by Mr Herman has already looked at the agreement
and he had no um reflex pointed out to us um what I do want to convey not so much of the mou it's additional information that was brought up uh based on the meetings on the jted opportunities in which they are fundings to start new programs and they're waiting for busd to be able to make those recommendations I have met with Mr washer and he's looking into adding some additional programs as well because addition are additional programs and take advantage of the additional funding for new programs as well Mr West is still overseen that is correct um with your support I would like to get uh to keep Mr West um with my transition I need somebody that knows a program and allows me to continue the program and based on the information that I
have learned and how I want to build a programming collaboration with Ms Leiva and bring some additional programs as soon as we'll be interested on it like that's what I was wondering is that how are you building these programs if you don't have that person here I mean I mean oh he is continues to be incredibly active and continue to come and and supporting with all of the people we're supporting with um all of the uh meeting with the teachers uh ordering the supplies and taking advantage of the funding that is available for Jaded what I what I've just done because we haven't done anything so seriously if you need to find someone else I think that's recommendation that I would really support that would be also my recommendation only because um he needs to
retire but also that you know because we do have these programs and I think an oversight needs to be done I mean you know um I will be coming back to the governing board with our proposals that we want to bring without the programs that we want to bring there's two additional programs that we want to bring to our school once we have all the all the details we'll be coming back with that information and I think you're going to be excited about the programs that we're bringing and not to do more on this label but it has had to be a specific request from this board who really put deadlines on let's get this going because it just sat so yeah because they were real well and I don't see it as strong now
I mean because you know we lost Automotive I'm not sure that's still going on and then you know we've been talking about additional nursing give me the opportunity I think you're going to be surprised and we're going to be um I will bring to you not only the new programs but also the evidence of what we're trying to achieve and what we will be accomplishing when I met with Pima and I and I explained to them that I'm new as a new superintendent I did request some other best models of jted and gave me the list of a couple of districts that um I want to take not only miss Leyva but also Mr West and also Mr um Mr Russell Robert Russell so that we can build a program that I believe our students
can benefit from in the room so that and I think it and I think it'll also because we have those programs I think it'll bring in more more students not in funding go ahead what is your timeline to roll this out um I know the the schools are out but uh for the for for the month of August uh we want to go visit those schools that I don't want to give you the names of the program because we want those two programs that we're working on to be approved before we release any additional information so give me the opportunity and as soon as I have concrete details I want to bring them over to you could could it be possible that the joint the Joiner joins you so beautiful I would love to I
I I feel like I feel like we've set the expectation already so you should have had an idea that this is something that could have already been ready to go by the square but I get that it's it's also asking a lot in addition to that miss the the consultant that you're using for JT gets paid out of this with this agreement from the school he's getting paid from um hold I need to go back and I don't want to give you the misinformation I believe Mr West is also funded from the jaded um it's not casting us from our own budget we decide that JT Payson because we said so um I don't have that information but I'll be happy to get bring it back to the other I want to know what are
the what are the conditions and to what degree and where what are the measurements that we can view well obviously there's none so we can't measure anything I don't want to say none but there's not as much as we're expecting and what we want to see so to me that gives me concerns and who's actually doing that for us okay I have two uh priorities as well um one is dual enrollment and JT is one of them I will be working with the experts to guide me um this is a program that two other programs that I will be building on and continue to report the progress on those two initiatives foreign I mean we do need the agreement because we want us he he mentioned he has new programs that he's going to be
bringing forth if I may I would only approve what the the conditions that we're getting and we are included in seeing where this is going how it's going but also that you're not running into any Roblox or issues that maybe we could be a supporter I mean I'm not trying to throw something at Ollie just to say do it what can we do to help support me because if there's something or anything that we can do between in regard that's why I'm asking about the intergovernment agreement is it in there strong enough that we have what we need um so that we're doing what we need to for the students it's all that's all I'm arguing for but you know but also to be able to review something yeah I don't have my thing went
out but I didn't really get attached to really go through that it got them all agreement but also is that um consultant in that agreement um no this is the agreement with the actual program jaded and specifying uh what is the JT responsibility in the district's responsibilities but that is assisting you in running the the joint part of the program requires to have somebody that is going to be overseeing the program and and some of the funding that we're receiving in the district we have allocated um a half time um Mr where's to be uh supporting us and continuing the program it's no it's a boilerplate agreement it specifies the position by another person um okay there's a there's a little there's a little um graph that's really hard to see because it's really really
tiny what's on that graph at the end of the bottom of the agreement it's hard it's time what does that say can you pull it up Aaron although it's like really fuzzy I think it's just from the scan itself it's really small and I guess that would be my only concern is are we just approving something and just running it through what we normally would or are we looking thoroughly there he goes on it's on the line it's on page 16. oh my God on the packet that we received Mr zabala um do we have a clearer copy um but it what it shows is what each district is has been allocated okay we'll go back to the packet that we've received the hard copy and provided with a clear copy I think Ben went
to go get it well while they're doing that just to kind of work kind of understand a little bit better so I don't even feel if it's appropriate we should be saying his name but Mr wesch is is paid and represented by jtez for busd a so nothing that we do unless he's opera or Consulting with you on a program we don't pay for anything we're not paying him no it is based on the funding that is allocated um as part of jaded and um I am new edited it is uh something that I need to continue to grow and learn a lot more um I am relying not only with my former with my other superintendents but also directly with the jaded staff um in guiding me um I have made specifically with them
to address my needs as a district and they have offered their support and guidance um based on the vision that I want to accomplish for the high school okay that and I guess that's why I was saying that on their part in the agreement what says what we we agree to do what they agreed to do whether or not that is part that is in the unit that they are responsible for the part-time I can get you a lot of information yeah and I guess that that was that would be what I would want clarification on if we can come back around to it absolutely meaning if we approve this agreement as in as in just the program agreement interview intergovernment the intergovernmental agreement with Pima County but I would like to see whatever agreement
there is in regards to it how that works with Mr Bush I'll be happy to go buy through it and give you the specific language but your confidence is not in this agreement the thing about him is in here um as much as I could no um this is every District got exactly the same copy of these mou so it is a it isn't um it isn't geared to us as you know it's not personalized this is an agreement that JT is sending to all of the districts uh within Pima to say uh to be able to continue to perform and offer these services this is what they ex they will commit to and what they need uh the districts to commit to okay but I'll do more homework and I'll be happy to bring
it back to your attention is there a timeline that you need to get this impact into Jacob in July foreign um because why would it go to their board after suggestions they're once their board approved and go back to their lawyer and they're super into science um suggestion I guess is um can you Reuben do what you need to do and have whatever ready by our Retreat this on the 19th that was going to be my suggestions if you allow me between now and this weekend um I will follow up on your questions and bring Clarity um I understand but I want to again re-emphasize um if we're looking for any specific specific customized language for our district is not going to be there um this is uh the the agency OJ did say this
is what we're going to offer to all of the districts um we did have questions as superintendents we did meet um with jaded in um address the percentages until we felt comfortable um and it that delayed the process quite a bit because it it until we negotiated and we all felt comfortable with the percentages that we felt that was going to be Equitable um to bring it to our governing boards um once all of the superintendents felt that that was um comfortable they made the changes they give it to us or we can now present it to our governing boards um in those specific questions that you're asking I need your support let me do some research um and I'll be I'd be happy to bring more clarity between now and the retreat I think
that would be you know in time to meet the deadline so that way they could get it approved that their their board meeting um and I guess just being comfortable in what's being approved okay yeah I'll be happy to do that uh so we'll move to table letter C until our meeting but seconded by me Sylvia Hendricks I'll be on you me um glitter D's discussion and possible approval of a field placement agreement with the University of Arizona and the barbecue University interested yes uh president members of the board this is an agreement that is time to renew it it has to be renewed every five years this agreement is to be able to place student teachers within our district it allows and give us the upper hand because uh that's an opportunity for our
teachers or prospective teachers not to do the student teachers the student teaching here um and the opportunity for us to also offer them a position if they're um have made um the standard that we want uh in the opportunity for them to fall in love with our schools and our districts um the it's also an agreement that it's a boilerplate language between the university and the districts that are interested in having placement it is exactly the same agreement that was signed five years ago to continue to extend that support with the university in having student teachers in our district if there's no questions I write promotion to approve um I have a question before your emotions the law happens in five years a lot of changes in focus anything changed that we need to make
sure I went through it um Gary Orman also went through it we did not find any red flags that we needed to make changes um it is the agreement that we we commit to be able to have certified teachers um for them to be placed to complete the program and complete and all paperwork required by the Master Teachers um and I did not see anything that I should be bringing up uh or send it back to the university to move reject or um modify is there anything or any reason to consult with anyone that we've already had go through the program any suggestions that they might have had that you consider or Consulting with maybe your team over there um I do not consult with my principles uh regarding the agreement that's how I said
that you would like me to add I'll be happy to do that as well it just has like different student practices and different things that they're kind of required to do you guys looked at it well these are student teachers right that are working towards student teachers that need to be placed as a certified teacher that are working towards getting certified as teachers and we're one of the schools that are picked to be able to have them come and use our student teaching I think which is obviously you know I agree that they they really um I think getting them out here used to the community um or our culture you know all the stuff that we have through um and I think it's a great Prospect to get more teachers out here also and
we definitely see the amount of teachers that go through those programs and coming back and working for the community I think we've even had some of our members that have gone through programs throughout the U of A that have come out to student teach and we actually they stay here Michael oh okay sorry [Laughter] that agreement isn't in place between school districts and universities that we can have them award practice and I see what you're saying about instructors and strategies that change um but I think that would be a different initiative that we work with um you know Maggie Schaefer is the fields I think the application of the Department of Education I work closely with her I always give the suggestion of what types of person they should be offering to our students tonight
so I am offering but okay these are some things that you probably should introduce to students to students so that way they are learning those skills before they get awesome thank you that provides a lot more clarity Mr Martinez it gives us a weight certified just Avenues of internships so that they can just flow as you're coming in just posting over our school system so foreign motion to approve of emotion by Miss Kathleen Vance second second famous bye sample masappa letter E's discussion and possible approval of an intergovernment agreement between barbecue and resolution Beyond textbooks Mr Diaz president members of the board one more agreed and yes it was reviewed by legal council last month we did had the opportunity to bring before the governing board a supplemental program that we will be supporting we
in will be integrating to support as part of the three-year plan and in providing um Quality lessons for our teachers um and part of adopting that program it also requires an agreement between Beyond textbooks as well as um our district I thought we approved this already did we not approve it to use it but now we have an agreement uh we have to have an agreement to use it current year for the end of the year training and then we're going to approve this one's for next week okay so you did Imagine well there's more decrements motion to approve for that 23 24. no I was gonna go ahead and make motion by Mrs Kathleen vanzekiel by me Sylvia Hendricks on a supple ment I Mustafa masappa laughs letter F is discussion and possible approval
of the 2023-2024 professional staff and support staff supplement schedule supplemental schedule Mr Diaz and thank you for president members of the boy at this point I want to ask Miss me to please come forward uh to make this recommendation thank you good evening governing board Mr Diaz every year the district approves supplemental schedules and it is part of our district policy so that it it makes it a little bit more um simpler when we these are supplementals that are continuous throughout the year and it keeps us from having to keep going back to the board and approving pars after pars after par so it sets the um the supplementals in place and so the only thing that we do is make sure that the funds are available so every year the finance team does review
our supplementals that we have and um this year we did they did look through it and they did approve the supplemental pays that would be like the uh our brake work so instead of having to every break approving it is stated on the supplemental end so they just provide us a scope of work so it just uh is a little bit more um easier to get our supplemental approved so are you all you do it's kind of like our schedules and our athletic uh schedules activities for coaches and stuff it's more or less follows the same uh the same format there's um on the file there's tabs for fy24 update in 20 2021 original yeah we we just kind of keep us kind of a running record for just purposes where we come back where
we first started and it just kind of we I try to keep those as just the record that this is where it came from and if there's any changes then I can go back and and look at those changes so every year I just leave them as historical type um tabs to uh give us a point where we approved that stipend s what's the CTE director Mr West when he was uh an employee of the district was given a CTE director stipend that as he took on the duties of that so right now we don't have somebody in that position but we just continue to hopefully one day when we have somebody that's more knowledgeable and can take on that responsibility it's just continuing like like I said historical so we have something in place
that shows it's was approved that one time and we had that available if if it the need comes to having somebody in that taking that role on if there aren't any questions more or more questions I'll go ahead and make the motion to approve second motion by Miss Sylvia Henry accepted by Miss Captain Vance able hi Mustafa thank you miss me oh I jumped ahead um liturgy discussion of possible coup of the barbecue barbecue Unified School District proposed facility use fees Senora Diaz president buendia members of the board the district wants to continue to offer our facilities and continue to provide the service to our members of the community um in the next couple of years as we continue also by Amazon budget um based on the observations of this year the last couple of
years we were allocating in waving some waving some other fees but um as we move forward we needed to start looking um also that we cannot provide um give to public funds um when we provide the facilities we also need to provide when they need technical support uh when they need equipment when they need custodians when they need anything else it's something that is costing also the district we want to be able to be transparent if we want to be able to have something in place so when members of the community they also want to use our our facilities we can provide a menu of all the items that we have available um and also how much more or less it costs whether they want to provided through a different venue or whether they want
to use the district um we bring in before you a memo for your consideration and we recommend we are recommending the Bible Community School District board to approve the proposed facility uses as presented um or it'll give us some Direction so the currently I'm offer making a buck but I think as guests of the nation just just in just in the thought process of looking at it from the from the perspective of the community and anyone who wishes to utilize said facilities are we penalizing or putting these types of things in their in way of things that could actually be good for the community as opposed to just making a buck for the district respectfully just throwing it out there no it's again one of them is we cannot um we we need to be
careful in our giving give to public funds um this year there will be instances when there were events uh we had to approve over time so our custodians can address the needs for those events so the tech support has the also um be present to provide the service we want to be able to be of support but uh at the same time there's there's laws that are preventing us uh there will be opportunities in which can or might be waived under the discretion but at the same time it it's um as we continue to move forward in the amount of events that we make continue to plan I want to be able to at least have some direction and into provide what is a procedure in place and also that we're not providing free of
give free gifts of public funds where we had to authorize um custodians or staff to be able to be present I don't want to say it leaves a lot to interpretation but when you talk about gifts of public funds I think interpretation of that for instance if I have an event on a Saturday that I need to be able to make sure that I have somebody to open the building and if they need technical support and I need to be able to provide overtime for my staff to be present and also to be able to provide custodians to be able to clean the facility before and after and if something happens we still have to replace it and if there are any supplies that will be used for that event such as toiletries such as
cleaning supplies over time that's something that it's it I wanted to bring to your attention that it needs to be determined how we're going to protect uh both um not only the district funding but also we want to be able to continue to provide that service to our community we want our facilities to be used but we also um as we're trying to be financially responsible the next couple of years I want to be able to have a tool that I can work with my partners in the community I just I'm just already hearing all the things are going to be said um to us about fees and why does the school charging when they're here on our land and all of these good things and I understand what you're talking about about but I
don't know if we've ever said well you're going to get overtime for doing that in whether or not that's whether or not that's something we would even continue to offer in lieu of these I mean I I will feel like as a member of the community or as a member of the district per se I don't know I just kind of feel like it wouldn't wouldn't it be I guess we've again walked into a lot of the instances where we had a lot of funding we could throw a lot of money at whatever we wanted to now do we need to or what is that process for an individual to have it waived and be more responsible for all of those things that you're talking about cleaning if I asked to use the wreck right
now I'm responsible for cleaning picking up and making sure everything's okay before I leave it's not this not the Rex responsibility to do that um where they were providing tables chairs and all those good things as long as they open the door we're bringing all of that stuff in ourselves and removing it and making sure that it's as it was left you came in and you leave it as it is um I don't know I just I just think about those and that brings a point for example if the community members that are willing or are looking to rent our facilities [Music] um they will have that opportunity to lower the cost if they provide that level of support we will bring the tables we'll clean the facilities that would also help us on our
end but I I right now don't have an instrument that can help me make those decisions as in policy um I'm sure there's a facility to use policy so everybody and I think that's in the policy yeah he doesn't want to do that he wants to charge everybody yeah because he has to pay overtime and pay people to come in and pay people to work and pay people to do it that's what he said I don't have an instrument to do that so you mean um that is correct it I don't have a way to gauge feasts um based on what we have I can I say something I think that you know because in the past we've had this and like always um approved it um and for this past year how many how
many entities other than the school did actually use the facilities but if in case they did it was there um and I see the non-profit and the profit amounts and stuff and so like for somebody that comes in that is for profit um then yeah those those what what you mentioned about the overtime about making sure the setup and everybody is paid for um their time because it is that whoever it is is going to be making profit and and so I see I see a benefit in this being approved so that way they can and maybe use it as a possibility but also um as a community member who might be wanting like Johnson O'Malley Johnson O'Malley has always helped the school um with everything that they've been doing and have had maybe one
year they want to do a movie for the kids then that's different it's not though I I would expect that those fees wouldn't be charged and it would be you know because of that communication or a commitment to the community and stuff like that so um I don't I don't have any problem in approving this because it is in the policy and we do need to have it um and I'm I'm really trust your judgment and those things that um with the with the year goals and and the commitment and the community and all of that so if there is no other questions I'd like to motion to approve you know I was just wondering if those fees that you're talking about in paying overtime and whatnot is that part of those fees that are
that are listed on the I mean it's it's instilled into those feeds right that is correct I have consulted with a few of my departments um to determine what is reasonable so that we um we show that we are not um being impacted by giving fun free yeah and and I agree with Kathy that you know we do have to we do and we happen uh approving this yearly but also that we we um like she said we trust that you have your best judgment in deciding at your own discretion whether or not you're gonna charge wait myself um there's supposed to be a free foreign liability as well um or they have to have an ability before they even get to use the facilities I actually was because I remember well Kathy and I
were a part of jom uh the parent group that was something that came up and it was a huge liability cost I think it was like half a million or a million dollars to have something that we were trying to sponsor and it became a point of contentions or like what how does this work um and I do know like when tocc hosts things at the VHS or anywhere else we do have to show our insurance yeah it's on it's it's on the uh on the form that you have to fill out that you have to provide that and we do yes go ahead so you make the motion I'll second it I have a motion by Miss Kathleen Vance second by Sylvia Hendricks most Apple um letter G's discussion impossible approval of the busd
rental lease agreement reform and housing payroll authorization form updates foreign discussion that we have had um here in the um as part of the board um in the board meetings uh one of them was to be able to have inspection so we have added language in there that we will have an um a minimum amount of inspections uh but not limited to depending on on what are the observations are um and we have also included language that any vehicles um that there are they're broken they're not to be stay there for x amount of time and they need to be removed but if they don't we will have to then remove them um it um the tenant expense the other one we are including um we have had right now uh multiple calls in which
our tenants they either get locked out or lose their keys um and we have to then pay overtime for people to come over the weekend to be able to open up either after work hours or on the weekends also making a dent um and adding additional fees from our funding so we want to put it now um I know we provide very cost low cost affordable cost to our tenants but and in the event that we need to provide the service of the weekend and I need to bring somebody to be able to open it up and we will add a fee to our tenants that we we can also promote good behaviors in keeping your keys so those are the changes that we would like to add to our lease agreement and with your
supporter I'll be happy to make any additional changes questions please so those extra fees that you're talking about about the keys and whatnot is that um in the in the rental piece is that part of the rental fees or is that a difference that they have to make or no um if you lose um or you if you lose your keys or you lock yourself out and it requires to bring an employee after work hours uh to open the door so make a copy of the key and then we'll be be will be charging um our employees mm-hmm I didn't hear the question then you said that was the hundred dollar fee yes any comments or questions to share my question for you yeah I was just about the um because it doesn't give you
the uh rental amounts but I was I was questioning is that based on the um what Apartments they get into one or two bedrooms I guess I'm assuming and then whether or not that the um and the number of occupants that was my question I think you said it was only for uh depending on which which location they're in are they different prices like the Fishbowl and the you know the ones at the high school we offer three types of units um one bedroom two bedroom and three bedrooms and each one has a different price and correct me if I'm wrong uh but it's 250 for that three bedroom 254.2 bedroom and 200 for the one bedroom it is 200. and for some of our teachers um you know in order to provide affordable housing
we provide um if they're single uh we also they had the opportunity to share one two bedroom unit and they can um divide the rent did I answer your question so they don't both have to pay the two no they split the display the 200. make it even more affordable really affordable very very horrible is that um is it security deposit does it have any effect on anything that you're finding thus far it is that one year that one year inspection gonna actually be it's gonna be because from what we're hearing what we're what we're reported is that they're left pretty much in shambles and we have to almost renovate the entire home is that deposit or anything else like the inspection hopefully going to deter or what are we looking at when these clubs
number one we had um the inspections are going to help us to determine if that tenant will require more uh inspections uh it's a minimum of one inspection but depending on on the state and and the the wear and tear the it's observed we want to make sure that um our um director of operations have now the authority to be able to go in and follow up on additional inspections and our deposit is incredibly affordable as well um in um based on the inspections then we can then provide the upgrades needed or repairs needed and continue to build our tenants based on negligence on the property two since we have him introduced this the we have the non-refundable 300 deposit and then we added last year the 250 cleaning deposit and so far um the
tenants that have vacated the um the units have received their full cleaning deposit back so I think that it has made a difference um hopefully I'm not speaking for Russ but um I have not been informed of any cleaning issues so that I am able to refund that in their um payroll in not not to prepare Apples to Apples but in the agreement that I had assigned when I was living in the rental units it was indicated that you had to report any kind of leaks or anything and if you didn't then that was cause for also um you're not agreeing you're not following the agreement that we've been entered into we walk in and all of a sudden there's a leak you should have reported that can go against what you're you're not taking
care of at home basically no I just that oh oh it's also good so it's a one-year inspection every year minimum because I know that the rentals are always expecting it seems like and it just seems like it would be actually more beneficial for us to do an annual inspections instead of just one yearly one because then you'll know whether or not they are keeping you know those Apartments clean and you know nothing's going wrong with them or anything like that I don't know that and I do not want anyone to take away from this because I know you're watching that we're trying to make it difficult for you we have very little to no funding for housing so the more that we have to go and put more money into fixing things or making
it better or individuals living in a home and not caring for it it just puts way more stress on us than we absolutely need and what we have is what we've got so that's the only reason I think we're being a little bit when we've gotten a little bit more hard on on leasing in the rentals of the units so I just want to say that because I feel like I don't want people to think well they're just starting to be off somehow anything else and as far as I understand Miss Sylvia this is and will mean this is and doesn't mean they will be doing at least an annual inspection yes this is the one year one year at least once a year once a year I already said it before that they should
have an inspection it um at least twice a year and um where else are you going to get an apartment that costs less than 500 a month I think just the school it used to be a little more than somewhere along the line they lowered it down we should put it back up I'm not ready no I and I I truly want to truly want to express that that we do fight we do try to encourage and defend the housing situation that we're in because we know it it's important for our staff to have to be here um but I I agree I mean I think we're all on the same page so I'm glad that these are being presented but I want that to be expressed to the to the listening audience so that's
the reason we would even consider doing in Gladys because we really have to be very um adamant about this needs to be taken care of you know so there are no other questions almost motion two second second by Miss Kathleen events am I supper letter I is discussion impossible approval of job description and posting trans or transition coordinator Mr Diaz president at this point I would like to refer to Mr Martinez to be able to present his recommendation please excuse my mustache I'm trying to reports we see you month effort thank you justification that I provided over the past three years if we look over at the risk analysis that we have for our ESS graduation rates and Dropout rates in regards to our ESS students we are not meeting those points in regards to
our Statewide um overall agreed in regards to ESS port or ESS portal we're doing great on the other factors which is monitoring and also compliance and areas of instructions and service logs and all those items but these are two areas that we feel if we want to move to the next level for our ESS we want to make sure that we have a transition plan from all the ways starting from primary early Chaplet all the way to secondary last year we did have a student that was recognized at the Ida conference for student outcome survey we would like to have more and we would like to have an Ensure plan as our students are developing specifically in ESS so that they can have either an employment or it'll be prepared job skills set in place
or higher education in regards to our ESS program so our transitional Coordinator would make sure that that is implemented in each School and it's also making sure that we have the acquired numbers of our graduation rate and Dropout rates for our USS students so I'll give you an example last year we had 66.6 percent of students who dropped out and that was part of our report that we received from ede and it should be less than 27 so on my end I I want to make sure that we know where our students are we make sure that they don't have any chronic absences in for their services and we move them up to the next level for that part in regards to our graduation rate state has a Target above 80 percent or above and
we were at 17 percent for 2020 uh 20 20 21 um it's similar numbers in regards to graduation rate it's supposed to be 80 or above we were at 54 percent and for dropout rate of 27 or below we were at 23 so we want to ensure that we're receiving those points but more importantly we want to make sure that we have our plan in place for our students and growing our own we do have for example these ESS unit graduated and he's one of our buses and I'm noticing that we have buses openings or other openings and we want to make sure that we're working collaborative with the nation too do you want to read your recommendation sure so one of the recommendation system is to post the district transition coordinator we would eliminate
the uh current stipend that we have put in place and this would be uh everything will be paid through the Ida grants so nothing would be touched on impact Aid or the mo budget so everything is being exhausted through the Grand solution we see from the from from platform so my only concern is the laundry list of non-fillable like positions in regards to our yes department and you're going to be seeing in our next item um we want to ensure that um we have a program that a position I'm sorry that's going to be one popular and interesting to make sure that we that we get the best candidates possible for the position but at the same time that it has a meaning in place with the direction that we want to go so we
do have some openings and I understand that part but we also want to make sure that it entices what we need to do for our community to your game plan open the position and offer a state or a bonus opening the position make sure that we recruit from either in-house or we recruit from different Partnerships that we have either through the Native American Disabilities from the University of Arizona or just different current Partnerships that we have yes I did the question in regards to yours to your students and and your your numbers right now you have how many ESS do you do you have 154 students do you do you see that growing or are they are they going into regular I mean are they testing out part of our mcss process that we're looking
at each one of our insights we will be growing but we will not be growing to the amount to the extent of seeing large numbers um if you notice from the end of the end of the month report we have all of our ESS population percentages they're at level with state with the exception of one school but we are looking to exit the students but most importantly we're looking to have that transition in place if they need that support let's make sure that we have it but we are identifying a lot of chronic absences in regards to services so we have the services there but with that comes in The Chronic abstinence from students not attending either school or not attending the services and that that has to I want to make sure that that
changes to our transition plans and so with the transition that would also be part of that the duties of that person is just to make sure that we're overseeing their chronic I mean hoping that we bring those absences yeah so part of it is absences well I'm sorry yeah so it's making sure that we develop a plan that the students have to attend those Services particularly in the in the early childhood the Pre-K we do have an mou with the to special services the services are there but if the students are not showing up we really can't do a whole lot so this transition program ensures that we have a plan in place that students are attending those services and and talking to the parents and supporting the parents and seeing the benefits that we
will have as we move forward from year to year um and our student population and enrollment doesn't change a whole lots of the students are usually with us throughout the process of pre-K all the way to 12 people okay I um Miss Vance so so this position is for the district-wide service okay um I'm so glad that you are um introducing this position Dietrich because we want to make sure that every one of our children are supported and if you're if you're seeing those numbers that we're not doing what we're supposed to be doing as a school district if our numbers are that low and and the support that these students need if that's going to help the the the students be successful you're getting you're getting them to look at the whoever is going
to be in that position from Early Childhood all the way up to graduation and that's good because they have that support throughout the year so I I'm really in support of this position um because it's necessary it's needed so thank you what are the expectations that we have is indicator 13 that is a state compliance for transition plans has to be implemented not only in secondary now but with this position it has to be implemented at each site so each side will have its own transition plan that will be collaborated with the site administrators but most importantly it has to be built up within those services so that way we're seeing a pathway Pathways as as they move from Rolling 32 yeah um but we're not providing a vehicle do they have to provide their
own vehicle insurance vehicle insurance does that mean that we're going to be providing mileage of things because if you're trying to save money doesn't sound or are we just looking at the minimum requirements in your job description oh okay um all of the items are going to be from site to site so um I would get back to you because I don't know in regards to that particular item oh I just to agree with Kathy only because I have an ESS student and and I want to know you know that when she continues through you know she's in middle in intermediate when she goes to middle school and high school that she has she has a plan you know on which what she's going to do when she gets through and turkey if it's okay
I can get back to you in regards to the vehicle listed in the minimum requirements when we approve it it's going to be there so is it okay if it's there but yeah if I seek uh guidance from my HR Director regarding that question because District here to do anything okay yeah that was just kind of hard to me I I guess I'm based on darolyn's response to that that they could be um provided to provide a district vehicle for that for that position right so because you know and they're having you know maybe going to intermediate to the high school and they could check the transportation you know that's usually what happens with the many of our communities that have to travel distance is still going to get it easy transportation um Professional Insurance
and that that the personal insurance is when they trust our insurance because there are people that um I guess I will say like um we've come across suspended license but rejections all that picture yeah no I'm not I'm not questioning the I know they must have a valid driver's license but I had never seen where they've had to provide their own current vehicle insurance because it's not their vehicle that they're insuring is the districts so that was the recommendation to us to make sure that they submit their personal insurance personal vehicle insurance some school districts that is what happens Facebook record no president I will also trust Mr Martinez to develop a schedule depending on whether person reports they don't have to be moving between schools throughout the whole day minimizing the need for a
district vehicle depending on on the days a person is assigned to which school the person they have to drive their own vehicle to be able to serve the students and decided they are signed for that day and then around that if they come down uh on the teacher bus or whatever and then they're transported like say to the secondary site with all the other staff that will eliminate the need because they won't be there for the whole day you would think that if they're at one site that they will try to take care of every everyone and what they could at that site and then so I I like that idea of um uh coming up with that um schedule yo that would eliminate a lot of trying to get Transportation uh with the vehicles
and stuff like that but he's talking about those that are not even at school so they'd have to go Drive choose to the residents so they're going to be driving not just two sites but around right if we're looking oh you know oh if we're looking for Stu if we're looking for example for services uh for students that are not enrolled with BHD but students at or different community centers we're currently working with to special services so that they can provide transportations for families and students um that way if we can provide the services on site we'll have a more conducive environment and provide those Services if not we'll do them at community centers in different districts um it all depends on on those circumstances but part of building a schedule and then also having
access to a vehicle that's probably something that we would like to advocate I'm gonna make a motion to approve I have to think of a question hold on let me not trying to think of a question I just have questions um okay I mean okay I I think it's still a little bit unclear okay in regards to the position at hand or the drivers the insurance person is the intention so this individual is going to work not here at sites correct you're working on getting people from wherever they are to the site so they can work with them so but you mentioned individuals that are not even in school that you need to get to them so what they need to get to them in order for them to part of the position there there's
three different Frameworks for you for ESS we have the Pre-K which is a three year olds all the way to the five-year-olds that particular program we have an mou with the the with the nation um but we also want to implement a transition plan for them right so when we provide the transition plan for them we will be having an ESS case manager but that case manager is going to be working with our transition coordinator to ensure that the there is a plan in place so that the students when they enroll with us either in Kinder or will pre-kinder or Kinder we already have those those structures in place in regards to classrooms and then there's the other one where students are coming in from kinder all the way to 12th grade and that the
the the court the coordinator will be working within sites now so the biggest one is working with the USS case manager for the three to five year olds and ensuring that that transition plan is in place it's implementing best practices for those transitions so that the student can be ready to go and coming in on campus with us okay yeah the transitions actually also work very very closely with who are transitioning from high school to college so this person is helping them if they want to go into college working with a family and the student so it think of a College and Career very much assistant specialist focuses on the ESS students too and then works with uh go directly into the course so it's it's a huge job but from a selfish point of
view the high school is a huge piece because they really do help those students I come from either when I went to this review our transition Specialists only did that and they only worked at the high school so the transmission specialist has a huge job but they do work with Transit basically transitioning the little ones but it's on the BFFs I just wanted to make sure so piggybacking on Miss lever's Point she is correct um the transition coordinator Works mostly with the high school students to make sure that they have a transition plan for post-secondary elements but one of the things that we want to devise is we want to start them off really early and have that plan in there and it helps us out with the low numbers of yes that students that
we currently have it if it increases a little bit we're still going to be okay because we have a case case managers for ESS this person has to ensure that that transition is in place and it's being implemented it's monitored and at the end of the day it's going to be monitored by those expectations of the risk risk analysis that they give us pregnancy okay that is why I really like that position of you bringing that to us because we need that person to make sure that that our kids feel comfortable and that there's somebody they know that there's somebody they're specifically to help them transition especially at the high school because that is you know that's our whole Vision our mission statement is trying to get all of our children and then um working
with the kids coming into the site that's a valuable start for them that foundation and so I I really I mean in weighing the cost of mileage or you know and I understand the the insurance portion is something that needs to be you know looked at and and um but I think that the position the value of the position outweighs that for me personally so um and I thought I heard a motion to approve because I seconded it there's questions then their questions before we call for the vote they put in one last comment I think we're ready to vote never mind if you had anyone he wanted to add a comment no very good it's okay I think we're ready to vote unless you want to keep talking about it Miss Vance motion to
approve was there a second I made the motion the still your motion to approve Miss Vance seconded Mr Isabella what's up hi what's up literally Jay's discussion and possible approval of ESS heart to feel positioned stipend Mr Diaz president members of the County Board uh members um previously you have supported me by um adding as uh hard to feel stipend for Math and science we coming before you to see if we can now extend the same consideration for now hard to feel position um right now we have some ESS positions that we need to fill and right now we having to contract out some from some agencies uh we're hoping that by having this additional stipend we can um incentivize that position to try to attract more people in Philadelphia's position I have Mr Martinez
if you want to ask any additional questions to approve here's a question Sylvia and that's getting coming out of what that's going to be coming out oh okay Mrs Kathleen Vance supple hi what's up thank you Mr Martinez better case discussion impossible who will the superintendent pay for performance um do you want to present this Miss CFO is wrong sure um so part of the superintendent contract I believe is um there's a performance pay portion of the contract my computer died so I can't bring up the contract Mr Bates so it is um depending on the governing board's approval of the superintendent's um performance a five thousand dollars is um part of the contract so if the board agrees that the superintendent has achieved um his goals that were discussed than the um release of
the five thousand dollars is paid so just just for clarification to to the to the audience um this is already approved it's just withheld until we actually approve it so we're not approving additional funds or anything to his contract yes it's part of this it's just part of his salary that's withheld until we approve to pay so we're not approving an increase or we're not approving more because it's just depending on performance on on if the goals were met that were discussed and um between the superintendent and the board okay well I think that the performance has I think for myself gone above and beyond what we expected and so uh with that I'll go ahead and make a motion to move like a second second foreign number seven uh consent agenda is there a
motion to approved by silly Hendricks Anna Marie Stevens what's up hi what's up number eight is our request for future agenda items okay digital positions because we have some interviews going on but we'll bring it back up okay four steps nothing else motion by Miss Sylvia Hendricks second by Miss Kathleen Vance what's up hi it is 9 31 PM we are adjourned thank you
