001[Music] so [Music] [Applause] [Music] [Applause] [Music] [Applause] [Music] okay i called to order the workshop for the bullhead city elementary school board on friday march 19th 2021 at 6 p.m uh roll call corey burgess here amanda amen here charlene diaz here all right we are only missing jeannie borland and brandy dubois dr stewart if i can get kim to start flashing up some some policies for you okay so we're still in the whole section that has to do with the school board section b of the policies and most of these are probably things that you won't have much change in so i figured we can kind of blow through them there are a couple um that i'm i'm asking you to re consider some changes to when we put them on the agenda next month
002um so anyway um i think if you you know we're on bdd right now right okay um so if you don't have i'm i'm just gonna kind of go through them unless you want to stop or you want me to tell you something about what that i think we need to consider i think the only time we really need to stop is if there's changes that you're making okay or recommending okay let's just go through them so all right so next one kim please i don't see any particular need to change any of this with committees you know you can have advisory committee committees anytime you want i don't see any particular need for change in that school attorney this just authorizes you to hire an attorney and i will tell you that most of
003the time we use the prepaid legal services through the trust i don't remember any time since i've been here that we've actually used the attorney outside of the trust fund you know the trust agreement on behalf of the board next one please same with consultants okay so this is the first one that i'm recommending a change and that's because at your uh at your january meeting we moved the meetings to the second thursday and uh so you know when this one needs to come back officially next month on your agenda for that change this very much refers to the legal part of executive sessions how we run those and i don't see any particular reason to change that one okay this one talks about the minutes for that meeting we we do these things this
004is an exhibit actually the the only thing that i'm going to say is that i've directed kim that on to recrea to create a new version of that document that corey reads when when we first get into executive session and to add the piece that's roman numeral to so that when we get into executive sessions since there are no public minutes of the cat we do record them we don't do any written minutes so i'm just going to have her create one of those for whoever is running that meeting to make sure that we say the date the time the place who's there and which part of the law we're using to help to hold that executive session and then that other little statement that needs to be read so we're going to implement it
005there's no change in it but i just wanted you to know why it's going to look different if and when we go into executive session this is an exhibit also and it indicates pretty much that we would have to post a separate posting for executive sessions so eb and ec are are both kind of just how we do this differently we post we post correctly every time we post so i'm recommending that we remove these two and so that can if you all are okay with removing or any more policies or exhibits or regulations than we absolutely have to have all right okay so i would recommend the same for ec and then relative to ed i would recommend we keep it at the time if you want to leave it as e d even
006though we're doing away with b c b and c we can do that or we can renumber it as make it as e b but i think it could just be left the way it is kim would you go back to that one please okay the reason uh that i'm recommending you keep this is this is the template for the letter that would be sent to an employee who's going to be discussed in executive session or might be discussed in executive session and we do need to inform employees if we're doing that so we don't want to do away with uh with you know this thing okay thanks kim um i don't see any problems with bed uh this is the this is the policy that tells us what must be in our postings and
007how we need to post we do these uh we follow this uh this procedure okay so i don't see any particular reason to change that and i don't see any particular reason to change b-e-d-e-a we do this already it's kind of superfluous but it's okay to leave it as far as i'm concerned once again these are more specific situations um i'm i'm thinking that eb ec and ed can all go away they're just very specific wording for specific situations and i don't think we need to have specific wording when we include it in our posting anyway uh ee however we have to do this so this is a certification that we have in fact posted out front and on the website and so whenever kim posts she grabs whoever happens to be around to witness
008that she has posted sometimes it's me sometimes it's the gals in the front it just depends on who's available right at that moment and we need to keep this document uh ef let's see this one we need to keep because if we have as we had in the first semester an emergency meeting we need to follow the the rules for posting an emergency meeting and and then this is the follow-up to the emergency meeting so this is the one that once you've had an emergency meeting you have to post and essentially post what decisions were made at that meeting okay so i think we need to keep that this is the one about the agenda and i opted to recommend to you that we make it look like what our agenda has been looking like
009rather than change what we've been doing so so you can see the recommended changes there to just make it look uh to represent what we actually have been doing okay and again that will be on the next agenda i have no idea what this means i have no idea why we even have an example that has to do with the arizona commission on the environment so frankly i'm recommending that we remove that one let it go away yes sir i thought so too but there are too many references specifically to that and and there doesn't seem to me to be anything in it that is any different than what we're doing in the other exhibits relative to our meanings so it just seems to me to be superfluous i'm like you i read it about
010three times and then i thought and i don't get it it doesn't make any sense okay and then um uh this one is fine uh be dba i think it's fine there's nothing really there that's not what we don't is not what we do you know don't do we do these things and it's just telling us how how we're supposed to and is that the last one yep whew yeah okay ten minutes whoo-hoo it's kind of fun kind of fun to blow through them that fast right cory did corey sold 60 tires while we were going through this that's right i wish went back to work all right staffing yes staffing okay um kim would you would you put this document up so the people in the audience can see it and so people on
011i'm not logged in hold on a second okay so i wanted to report to you the situation with staffing and give you some background prior to the item in the actual meeting agenda that has to do with uh capacity class a pack class capacity so that you had some understanding of the fact that i didn't just pull numbers out of the air and that i wasn't just trying to think pie in the sky that i'm looking at the students the number of students we currently have enrolled in our district making sure that we're going to do everything we can for those same students for next year and still build in a little room for kids who are coming back and since we came back from spring break they are coming back interestingly enough we have
012families that seem to have thought that when the governor closed schools in march that kids didn't have to enroll or go to school at all particularly when we came back in the fall that's what parents are saying when they come in to enroll their kids at our school sites who have not been in school all year well the schools were closed what were we supposed to do the schools were close okay so we're we're already seeing some of those kids okay so those kids are not included in these numbers at this time unless we had gotten a hold all of our offices called all of the students who were who were no longer with us this year tried to contact every family for kids who were not with us to verify that yes they had
013transferred because we had lists of kids who had transferred to verify are your have your kids been in some other online school so they made notes of that okay that's fine you know you had that choice are your students coming back to our school district next year yes or no you know is that what's your plan right now and then anybody that we had no idea where the kids were they tried to call all of those numbers and contact those families multiple times frequently the phones were no longer in service or emails were no longer you know functioning or whatever so they got a hold as of as many as they could and of the students that uh whose families we got a hold of those kids are included in this count okay the kids
014who are not included in this are students that we couldn't we couldn't even get in touch with anybody okay so um and so it's our current students plus the few students whose families they could get in touch with and that's why the total number that you see on page two of this is a little higher than what is in my board report tonight of how many students we have enrolled because we have found some of those kids okay so i wanted to make sure that we were taking care of the kids who are currently in our schools either in person or virtually and and that meant that in some cases we were overstaffed and in some cases were not overstaffed for next year so you can see the the planning here we can account for
015233 seventh graders for example you know moving up from sixth grade we can account for 275 8th graders and so on so looking at our current staffing for fox creek and bullhead middle school i need to tell you that there has there have been some positions that have been used incorrectly uh certainly for the past two years and those positions are title one positions so each of those sites has a title one math teacher and each one has a title one language arts teacher and in some cases for resource special ed those programs are supposed to be compensatory those are supposed to be programs that are supplemental to our regular education program so in other words a student who qualifies for title 1 services in language arts has a language arts class and then is
016supposed to get additional assistance with title one these two sites have been using those positions as regular classroom positions so in the case of bullhead middle school they actually were understaffed for what they should have been and we're making do with what they had for fox creek it was working last year but it also is part of the reason that it wasn't the best and as you can see i'm recommending or i've i've essentially dropped one seventh grade and one eighth grade position in addition to moving those two positions to where they should be and what they should be doing so when you have in school particularly in a junior high when you have two title one positions they become equivalent of a special so it adds to your you know your ability to to
017place your kids outside of the core classrooms so we're correcting those those situations in both of those sites um okay so we're looking at um you'll notice in the in the agenda i'm requ i'm requesting capacity of 27-28 for seventh and eighth grade and 25-26 for fifth and sixth okay the lower number is the one that i used to staff the schools the extra number the the number that's one up is the wiggle room for kids coming back or kids moving into our community and then if our classes get much bigger than these we want to we want to freeze them at these levels if we can but for every extra kid then we're going to be taking a look at at what number then do i look at adding a teacher and that means
018one of the things you all are going to be thinking okay well how are we going to pay for any added teachers so when when i send you the um actual you have in front of you i think yes you have in front of you our proposal for esser for sr2 and uh the reason this was not ready for you for tonight's agenda is that all of the webinars and everything that jen and i have participated in they kept saying uh well you can maybe use it for this and you can maybe use it for that but we're not sure it was yesterday at noon that i participated in a webinar from dc that very clearly said here's what you can use it for and essentially only i said there was only one thing we
019could not use them for so then that meant that we could start making a plan we had in mind what we wanted to do but we but we couldn't really go there when we didn't know okay so you'll notice that on this uh that i gave you in for sr2 and this will come to you formally next month but because jen and i just did this this morning literally this morning the salary so you can see that we're looking at funding those transition classrooms that we've talked to you about with esser funding and we knew we could do that anyway because that's absolutely related to covid and then i've built in to this salaries and benefits for 13 additional possible additional teacher positions so that if we go beyond our capacity by a certain number
020of kids that then we can add those teachers and we're not hitting the m o budget for it and it is in fact related to covid because we wouldn't have had the drop and we wouldn't have had the disappearing kids who come back if it weren't for covid so we're we're safe with that is it 13 or 26 13 for sure for the transitions and 13 possible which would be the regular classroom people if we need to add classroom teachers okay um because i i thought it would be short-sighted if we didn't figure out a way to fund those possible positions okay so uh on this on this document uh that kim has up you can see then if we go with uh if you approve our our capacity numbers you can see then what
021we have open for open enrollment requests okay any student who is currently enrolled in any of our schools on open enrollment whose parents completed the form for next year prior to march 1st as they were supposed to do will be will be rolled over so any current students are covered if their parents filled out the form so we're talking here about additional the ability to have additional and you will see lots of zeros and lots of low numbers because i've planned i've scheduled this really tightly because i didn't know what funding we would have okay so then you have the three elementary schools on the second page and any of those numbers for anticipated enrollment that has a star next to it includes transition kids so one reason i gave you this form tonight it
022was not in your a packet but i gave you this colored form was so you could see how many kids are actually scheduled for those transition classes okay so i have the class numbers there and then and then the class average class size for the classes that are non transition so it looks a little different than the than the white form because the white form takes into account all of the kids and this one shows you how it breaks out i've also color coded the by various budget streams because i'm not sure that board members have ever really had a handle on you know how how we fund different positions and i want you to be able to know you know where where we get the funds for a lot of these positions but the
023light blue ones are the 13 transition classes that are in this pla in this plan okay so um desert valley numbers look like we need to add four positions uh four of them four positions will be paid for with uh s or money but one of those four will be an el position because they have 48 el kids and those kids have to have an additional 75 minutes a day of el instruction on top of what's going on in their classroom right now it means that the regular classroom teachers are having to shorten the rest of their schedule by 75 minutes to accommodate those students in their classroom so this will be a pull out for next year for el and it pretty much will keep one teacher busy full time to to because you
024can only you can only put kindergartners together you can only put first graders together you can put second and third graders together in an el class and you can put fourth graders they have to be divided that way unfortunately the people who make these regulations don't schedule things in schools and so they don't have a real good handle on what that does to scheduling and what it does to schools i can't imagine what what happens in smaller school districts so that's kind of a big background thing if you have questions about those either of those documents i'll try to answer them any questions it doesn't look like it awesome i thought you all would have lots of questions about these it's nice to be able to be moving forward and it's yeah and it's nice
025to be able now to have some numbers when you're looking at at this one it's nice to have some numbers that i can start working on our current m o budget and and start getting some of that get ready to get that balanced because of the esser money it's really nice that's all i have on that sir all right so with that we need to have a motion to adjourn the workshop my motion to adjourn the workshop i'll second it all in favor hi hi i'm ed amen hi charlene diaz some of you are adjourned we have about seven minutes before our next meeting so [Music] so [Music] okay i called to order the regular meeting of bullhead city elementary school board on friday march 19th 2021 at 6 30 pm uh roll call corey
026burgess here amanda ayman here charlene d is here we are only missing genie borland and brandy dubois item 2.3 citizens present uh the citizens president would please sign in the back so we know that you're here and if you'll join me for a pledge of [Music] of the allegiance states of america and to the republic for which it stands one nation under god indivisible with liberty thank you item 2.5 the call to the public this the time the public may speak to the governing board regarding issues within the jurisdiction of the governing board and subject to reasonable time space and mana restrictions as the governing board may establish comments will be limited to three minutes per individual unless specifically waived by the governing board at the conclusion of the call of public individual members of
027the governing board may respond to criticism made by those who have addressed the board may ask a staff to review a matter or may ask that a matter be placed on a future agenda however the governing board cannot take action on matters that have not been noticed in advance as part of the agenda uh we have the two submitted do we have any additional no all right we have two that were sent in by email i will go ahead and read those our first one is from addison scott my name is addison scott i go to fox creek junior high and i was recently informed on the new schedule and about how we are now eating lunch in the cafeteria i personally believe that we should not be able to go into the cafeteria due
028to covid i feel that there could be a high risk of students getting covered due to the fact that almost all eighth graders is in the cafeteria at the same time it's honestly a better idea for us to stay eating in a third period class at the original time we started at due to the new schedule because of the change in lunch most classes get shorter class times and this causes teachers to not all get the same lessons for each class we should stay in our classes for lunch because i personally feel that feel i personally would feel very uncomfortable sharing a cafeteria where we eat food and we all take our masks off at one time without the eighth grade because of we could spread covet faster thank you for your time sincerely addison
029scott our second one is from brooklyn harvey i think we should stay in our classroom in the third period because it's really no point in us go to the cafeteria we can't move we have like no time to eat lunch and we eat lunch so early it would just it would be it would be better just to eat in the classroom plus we're not at such a high risk if we're going if we're going to go back in the cafeteria i'd rather go back to normal and i know we can't do that when we can't do that so when we should just stay in our third period classroom for lunch it's better because we can talk and actually get to eat lunch longer and not so early so in my opinion i feel we should
030just stay in our classroom because our cases will also just get higher at the school and we will have to do online again and i don't want to do because i can't learn online it's so much harder item 2.6 adoption of the agenda should we get a motion to adopt the agenda submitted a motion to adopt the agenda as submitted i'll second the motion all in favor aye corey burgess i'm amanda ehman aye charlene diaz saw moved item 2.7 the superintendent reports dr stewart mr president board members you have a building report financial report and enrollment and attendance reports presented the couple of things that i would like to add in updates first of all we've already talked we talked in the workshop a minute about esser but sr2 our sr1 funds are spent and
031they're essentially done so sr2 is the one that finally we understood as of yesterday what we could do with it and that's 4.6 million dollars and so you have a an outline or draft of what we want to do with those funds wrapping up this year and through next year the american recovery plan was approved by congress and signed by the president a week or so ago we're calling that sr-3 and the webinar attended yesterday had all kinds of names for it but sr3 was one of the names that is possible and it is supposed to be over two times s or two amounts so we're looking at we we anticipate it's going to be in the neighborhood of 9 million dollars so i just wanted to kind of let you know that i'm kind
032of dealing with lots of commas right now and actually it's kind of fun i don't know that any of us have ever lived in any minute in education where we've been able to say we have some money to spend to play with and i don't mean play play but i mean some money to to let us do some things that uh we've never been able to do before so um we're kind of happy about that i would also like to let you know that we have resumed the district has resumed participation in community community events lance went and represented both districts at the winter expo our district is scheduled to be represented at the kids expo next week and at both of those uh in both of those settings in any similar setting that comes
033up we are uh handing out and and politicking if you will really pushing tax credits and handing out those documents and explaining those and i know that at the event the winter expo and and lance had at least one other uh employee from the district or from one of the two districts helping and they were really spending time talking even with snowbirds about the fact that you know there's somebody helping support your kids in whatever district your grandchildren and your children live in and uh and there's still some advantage for you to be helping us so they handed out at least a dozen forms to people who were interested in at least considering supporting us so that was a good thing we are holding a vaccination clinic tomorrow it's a drive-through clinic in front of
034uh in front of coyote canyon it's funded of course by the state you know by the arizona health department it's being organized and run by the county health department and the people doing the work are national guards people so it'll be open from eight til noon tomorrow and it is a closed clinic so people had to sign up but it's for educators in in the in the community and um so we'll you know we're happy to be able to host that for our folks thanks any other questions thank you item 2.8 donations uh once again our community has stepped up and helped us greatly uh we have one year access to foundation personal finance middle school um uh desert valley received a check in the amount of 770 uh from the blackboard giving fund your
035cost forward middle school check to the amount of 35 from north carolina for blackboard getting fund sunrise elementary 136 tooth faces two brushes 362 toothpaste 136 toothbrush covers 236 packets of dental floss five hard covered dr seuss books 2 000 paper masks and 24 bottles of hand sanitizer from river city united way estimated about 500 our community has always stepped up greatly and helped us in so many ways and we truly appreciate all the dating for us item 2.9 board member updates we have any information for board members they need share you can have meetings so we're going to get there all right item 3.1 um i'd like to move that we had approved the consent agenda agenda as submitted but i'd like to pull item 3.6 from the consensus window and i get a
036second oh second which one are we pulling out i'm sorry 3.6 uh you need to you need to vote on that yeah all in paper favor aye corey burgess aye amanda aymond aye charlene diaz adam 3.6 returning voice i would like to move that we offer contracts and work agreements to the employees listed and that we direct the superintendent to find funding to offer contract signing incentives for returning and teachers with this proposal that we have in front of us this could be something we can have her look into and see where we can apply it but that's where i'd like to use some of this money definitely i'm good with that so can we have a second yep i have a second um so moving on to new business 5.1 policy b dc board
037clerk dr stewart this was one of the policies you reviewed a month or so ago and mostly reviewed it because it was not in our policy book and we have been in fact doing it it is a first reading so there's no action tonight all right that's good item 5.2 exhibit gcoe evaluation instruments uh mr president board members as you know we've been trying to update our evaluation instruments and uh to make sure that they are consistent with job descriptions and what it is we expect people to do and this is the proposed uh job i'm sorry evaluation instrument for our director of special services i like that distinguished provision so it matches our others yes and i did go through in any of the other ones that we had presented in the past and
038a couple that we haven't yet presented to you and made sure that they all use the same vocabulary did we with the ones in the past similar to this were we able to work on the points we did work on those and um and and did the math and uh the math comes out okay if if i drop that fourth goal so that there are three goals so what we so we used that instrument i used it with the principles this time but also explained to them that you know that even if they even if they had a fourth goal we've just factored it in but if it's only the three there it works out and so i've dropped it for the future and uh yeah so thank you yeah any other questions on 5.2
039no i move we approve item 5.2 is submitted i'll second the motion all in favor aye corey burgess aye amanda aymond aye charlene diaz saw move item 5.3 job descriptions dr stewart as you know we're trying to update these just as you're going through the the policy book we're going through the job description book and trying to update them so that the job descriptions match what we actually have uh expect people to be doing in these jobs amanda notified me that she had some questions about the the piece at the end of these that talk about number of hours and number of days per year and whatever and so we may revisit that but but i also worked really hard on those to match what it is we need to put in our in our
040payroll system uh the calendars that have to go in there because then the payroll system automatically calculates what people get paid and then and then there are a couple of things coming in some legal changes that i had i wanted to take into a into account but amanda's points are well taken what messes us up a little bit is a four day week and truthfully if you know if people are only working a four day week and they're an hourly person eight and a half hours doesn't quite get it it's really eight and three-fourths hours but the truth is we really want folks to work you know a 40-hour week and uh and for some of our classified people what they do is they work four tens so i've got and we leave that up
041to the principles to kind of decide do i need my health attendant for four tens or do i need my or in a week when we have a flex friday do i need my health attendant here for four hours on friday so maybe most of the time the health attendant works four tens but some weeks the health attendant works fewer hours monday through thursday to work those hours on friday so and since we've left you know given them some leeway to make those decisions i had to come up with a number that just worked that equally you know 40 hours a week so that's part of the reason for some of those just saying eight hours a day and then you want to look at how many days a year there there are but you
042know you're always welcome to come and we can talk about specific things and and those kinds of things so tried to make sure that this matched the work calendars and matched um uh anything else that we're doing so that it all matches the numbers all match across the board yeah the concern i just had is um because i know like and i can i can speak for myself and i'm not exactly sure what everyone works but seven to four is a nine hour but you have 30 minute lunch so it's eight and a half hour days so if we're working an eight and a half hour day and then now they drop down eight hours a day and you take that little half hour and you add it on to extra days and they're gonna
043be working days where there isn't students or they should normally be working so my concern was only that if they have to still work seven to four um you know they're working a little bit extra and and this is just the classified a couple the certified because there's admin in their instructional coaches and things and i mean you know i even the transportation director i look at that one and i'm thinking i know how much they work absolutely i know how many hours they put in absolutely now spreading it over extra days saying that they work less days per hour which we know we don't they work a lot of hours a day absolutely not being counted so i'm just worried that if we took something like uh i think i just pulled up the
044transportation director my concern was we got 1840 hours for 230 days at eight hours a day that works but if you go back to the 8.5 that they're probably and i'm not i don't know that they're currently working the 8.5 that's adding 13 and a half days to their schedule yeah just concerned with that absolutely and i and and actually that person came and talked to me and we talked about the issues that for that very reason but one of the things on the work calendar because and she totally understood this i said i know you work way more than eight hours a day and you know especially mondays through fridays but i also i mean monday through thursday but i also know on those weeks that we have flex fridays you know you still
045have to work those days you know i mean we can't have transportation running and not have somebody in charge and and i said so i want to make sure though now she's a salaried person but this applies to hourly people i want to make sure that if there's if they have if they're supposed to have enough enough days and hours that um that they don't miss a payday like miss a payday for for thanksgiving week miss a payday for uh the two weeks at winter break so on the payroll calendar it looks like they're working those days but we know that they're flexing those days into other hours you know other days and um uh it just it just seemed that the the cleanest way to do it was just to put the eight hours
046absolutely absolutely absolutely it's going to be a little bit of a nightmare trying to keep track of it but if somebody's going to keep track of it and verify i'm good i just don't want them to have to work more days than they normally would no and work on you know when we have exactly a couple days of thanksgiving exactly but we have no students right how is that working right no no no no no no and i will tell you one of the things that came up particularly with transportation that i find kind of interesting um both the director who is you know a high school employee and and our person who's the assistant director their contract or their work agreements say start them like july 13th and end them the second week in
047june now i'm thinking you know when i was working on this i'm going okay you know they're entitled to a month off but the thing is we have summer school going beyond the second week in june so does the high school district right so are we gonna let those buses run and not have a director there i don't think so um and and we're going to have some things that need to be done in july before people before drivers and people re report so you know so just putting an arbitrary beginning and ending date like that it doesn't work very well either so we just talked about you know the fact that okay this may say this but we know the reality we know what we have to do um uh i'll tell you just
048kind of another and i'm not telling you something you don't know office people in schools the two weeks before school opens and the first two weeks of school and the last week of school in the school year there is no way in the world that they can do everything they need to do in 40 hours a week it is impossible okay but neither can i schedule them for 60 hours or 50 hours or 45 hours or whatever in those weeks and so in their schedule we know we just we build in some flex days so they're not going to work red fridays you know the first few rest they're not going to work those fridays they we don't need them there on those fridays they don't need to be there but we know they're going
049to put in the time elsewhere but i don't know that i can write the job description in such a way that it says they're going to work eight hours on these days and eight and a half on these days and nine hours and no hours and we just kind of needed a level level playing field there and so you know i'm not trying to make excuses or anything it's just how do you word that to make it work and i just had to find probably a way that's in the industry if you will in the work world that makes sense in the yeah normal verbiage that's all it is dr stewart is that um keeping track of that is that going to be the employee's responsibility to do that yeah and historically that's what we've
050done is that the employee keeps track of that and and shares that with the supervisor and so you know so that if so when that secretary works 50 hours in a week keeps track of those extra hours those extra 10 hours the law says that you're supposed to either comp that at time and a half or you're supposed to pay time and a half for those 10 extra hours if you comp it it has to be in the same pay period well i'll tell you those two weeks before school and the first two weeks of school is two pay periods and you're not going to get anything comped in that time it's just not going to happen but we still make sure that we that we do that and that we confident time and a
051half okay so they keep track of their time we keep track of their time and every and and they work it out okay it's overseen by their direct supervisor they use that flex time i mean they can use it whenever they want that's as long as it's approved as long as it's approved yes and i don't want to micromanage that i mean you know yeah and i'm not there and they know they they know um and and i other than having been in the district for many years i kind of know this but um having other than one situation in all the years that i've been in this district there was one situation where that was not handled very well and it wasn't a classified person it was a certified person who took way advantage
052of all of that and um uh otherwise i think people are honest and that you know they're they're honest and they're going to take care of it as long as a supervisor is checking on it so no that's fine i mean because i know we put in a ton of hours and i hear you i just wanted to make sure that they were able to receive that yes yes absolutely excellent and this way we can make sure they don't miss a payday either right all right then uh 5.3 i make a motion that we approve uh the job descriptions as presented all in favor aye corey burgess aye amanda amen aye charlene diaz and you'll have a whole stack next month too item 5.4 privileged contract with abm march 1st of march 2021 to july
05330th 2021. mr president the reason for this is that for just these few months is that the original contract or service agreement between abm was with colorado river schools and i had started talking with logan cox the regional person in november about some things that i thought we needed to update in that contract certainly by july first when we consider renewing it for another year circumstances i think with the high school board and whatever led him to go ahead and you know separate the the thing is the two documents the two documents for the two districts would have been identical anyway um and and we don't share the cost each district pays its own rates for uh for this so it was just a matter of separating it uh and uh making it just apply
054to us i made some changes in his draft uh corey came and talked to me last week last week and uh and requested some explanation or some changes and some things and logan made those changes uh and so this is the resultant document uh from those changes uh to make it uh seem more reasonable for both us and for abm while they're working through it item five may i make a suggestion that since this is just between now and and the end of june that we request that that change be made in the new contract for starting july 1st right oh so this could be more than two percent gotcha you're not gonna get this or this whichever is greater okay so um okay so how do you want to handle this you want to
055table it until next meeting or you want me to approach um logan with just that changes in there no no and we got the amortization out that's gone um yeah so if we just get rid of the ore part from there on uh out so it's just the two percent that way it's a set figure like it is with our other contracts so we're not saying oh you might get more no no okay and we'll see if they'll accept that then if they accept it we're good okay are we okay there yeah i'm good with that all right okay then i will make the motion that we approve baby of contract with the change to number five um on that draft second well second all in favor i'm corey burgess hi amanda amen aye charlene
056diaz uh number 5.5 proposed coaching addendums mr president board members if you recall i asked you to approve either last month or the month before being able to use some of these coaching addendum dollars for officials for the intramural program and that coaching positions where possible would be funded with the 21st century um they filled as many as they could with 21st century and uh and were out of money so these pri are these amounts that you see on this recommendation are half of what is ordinarily oh no i'm sorry that's not true are less by at least 200 dollars and in some cases 400 less than what we would ordinarily approve and you see that some positions are not even going to be funded and then so those extra little pieces i put in
057the one that says officials and i estimated i have no idea what their you know what that will end up being but at least funded it for 2000. so these are not full uh typical full salaries for these coaching positions they are adjusted because the length of time that they're going to be doing these programs is less than in most years they're the ones who uh yeah they're the they i worked with les eastman on this and he took it back to those coaches and they're they're all amenable to this idea these are the amounts not because we will not double dip we won't pay part we won't pay this for the same work out of more than one budget so if you notice at the top of this page uh this is this is
058a funded thing uh it's a in 001 620 which is the part of the m o budget that allows us to pay for coaching addendums we have another one that's 001 630 which is uh club sponsors uh and we we really haven't done any of those this year well that's not true we've done student council and maybe one other one at each site that doesn't get covered with uh 21st century and remember that 21st century is only at three of our five schools so uh so some of the things we're paying at the two schools that don't have don't have 21st century so that we can still maintain those clubs so they're different accounts they're part of 001 but they are separate accounts so we can keep track of what you know what we're whether
059it's coaching or it's team leads or it's club sponsors those are three separate uh funding streams for these folks do we have any idea how it's how it's going so far with our numbers are we getting large numbers out there i think they're getting more than they might otherwise and they they tell me they're having a great time and that the kids are really enjoying doing it this way i i don't i hesitate to make a prediction but there was some conversation about the fact that they might just continue doing this next year because so many more kids can participate and you know and are having a good time and whatever so i won't predict that that's what's going to happen but they're certainly having a good time right now i always had the the
060same back when i went to school and here we used to do intramurals and then we would have a travel team after that so then everyone got to play and then you had a travel team which means everyone got the same experience to start which means when they later on they would they would try out right high school and try out right and the only reason i ask is just making sure because if our numbers are up and it's outside of 21st century hours and that's great i just know like at the high school district we have a minimum number of our a member minimum number of students in order for to have those stipends so right i just want to make sure if we're nailing that then great i know my daughter went the
061other day to volleyball and had a great time yeah and we've gotten some more um some more opportunities in 21st century for kids this year uh as well so that's that program has grown this year 21st century has grown this year um uh with a number of things that we're offering kids so you know i don't feel badly about not being able to pay these coaches out of 21st century when we're offering so many other opportunities for kids in 21st century than we've done in the uh any past questions can i move we uh approve the proposed coaching addendums i'll second the motion all in favor aye corey burgess aye amanda ayman aye charlene point diaz uh chart wells dr stewart mr president and board members um uh we did the bid process the big
062bid process last year and chartwells uh uh received the the award was awarded the bid um and so that's essentially for a five-year um um you know but we renew each year and so this is the continuation of that they have in fact exceeded we have in fact had reimbursements in excess of what was promised in this agreement for this current year so i don't have any hesitation in recommending that we continue with this contract any questions no no uh then i move that we approve the uh chartwells agreement is presented my second all in favor aye corey burgess aye amanda aymond aye charlene diaz so moved item 5.7 classroom capacity recommendations uh mr president and board and board members um i sent you the memo to explain so i won't read it to you
063and i won't reiterate it but i've i've made the recommendation for those numbers that you see at the bottom any questions on the recommendations can i move we approve the classroom capacity recommendations as presented i'll second the motion all in favor aye corey burgess aye amanda ayman aye charlene diaz item 6.1 future topics do you have any future topics we'd like to see on the agenda if anything does come out please send an email were these um were these two men were that was that too many uh policies to review this time or was it okay slam them out right okay slam them out okay so i'll continue to do what what we agreed before if they seem to be easy ones i'll put more if they're hard and then i will have fewer for
064you and and i suspect that we will want some discussion that's a report oh yeah and i meant to mention that in my updates i'm sorry i i gave to the board members for the uh for the audience uh i gave them a draft of the junior high's proposal for an in-person eighth grade promotion for this for this year uh it is a draft and we'll have it on the agenda officially for next next time um and and i suspect by next time we'll want some conversation also in the workshop about the the rest of the esther money and where we're proceeding with some of that stuff so okay no upcoming board events not that i know of i think there's a list right there oh you have a list march 26 is that second
065yes the second round for new board members march 29th school district budgets march 24th tools embedding multicultural perspectives and curriculum and then equals and mays and those are open to your board members to attend just get ahold of kim yeah get a hold of kim she she plans us and they have been the ones the ones that i've been involved in this year have been excellent they've they've just done a really fine job with those so with that uh date and time for future meeting we have down here april 8th 2021 5 30 for the workshop does that work i am actually not going to be available all right for that meeting but um i probably won't be available for a few weeks to come in i'll have to do it on by phone on
066the 8th probably not um i mean i could be i'm just not sure yet but so just assume i'm not going to let's without i'm sure we can make it work all right yeah so it's tentatively set up for the eighth with the workshop at 5 30 um and the meeting of six okay and with that we need a motion to adjourn eye motion to adjourn i'll second that motion all in favor aye corey burgess hi amanda eamon aye charlene diaz we are adjourned thank you thank you board members [Music] [Applause] [Music] you
