Uh call me stand alsisible with liberty and justice for all. Before we uh make a motion out the I do want to make a request that we move facilities report right behind building committee principles report to give Nick a chance to get out before 11:00 tonight. Make a motion to All right. Have a motion to adopt the agenda with the the amendment. Can I get a second? >> All right. All in favor say I. opposing sign. Motion carries. Uh hearing of visitors. >> Perfect. We're going to move on to booster club. >> We um thought that it was probably important, this is our some of our third, fourth year doing this, that we kind of come to you guys and update you just on our procedures, what booster club has been doing. Um I I
guess we have not done a good enough job of really saying what it is exactly that we do and how why or how we do it. So um basically our goal is to um support all 6 through 12 extracurricular activities. There's a couple of leadovers with choir and stuff that I guess you maybe think were classes. We're not really sure. We don't care. We just support them and send snacks anyway. um coaches or sponsors in a perfect world will ask us for things that they might need um help with be it meals for longer trips um you know treats something like that we've done um some not kind of uniform thing or scholars pull those types of deals um I have three of our four executive members that we are the ones to review the
requests and then approve them and send them to administration for final approval and pay. Um once the online requests are known event it have um is brought to our attention we discuss coaches if needed and the exact request is sent to our executive board where we have a discussion and vote. It's very informal. They don't get we don't have time to get together for every single thing. So, we don't um and then we send the requisition form to admin and Emily. Um in the last three years, we've expanded our support to include all six through 12 extra extra activities. This has added activities such as FFA, scholars, and forensics. Um we haven't fully approved all requests but we have given to each organization and most of them have been recognized multiple times throughout the year.
Um most of our feedback has been very grateful and positive. Uh we've received a few thank you cards and posts from coaches and students. Those go a long way to our members um which includes not just us but people who you know um just write a check in support of that way. We love all of them. Um we have added quite a few more active members this year. So that has been really nice and taken a lot of the load off um as we kind of split the work. Um we have added things like the spirit box um break school through high school student participation at the ball games if you saw them in wigs, tattoos um one um glasses, hats, etc. that came from us and um we just put it out here accepting
any donations of wigs, costumes, etc. because really little kids all the way up seem to love that and ask us what we have in the box particular day. Um we've worked on state sendoffs procedure in place um that incorporates um all of the state sendoffs that we have. um senior banners, senior night gifts. We worked on huddle. We've helped with motel rooms, spirit weeks. Um I looked at our spreadsheet and this is a rough estimate because not everything has gone through, but meals, snacks, and drinks right now this year um have been in the $5,000 range. Um we just did a donation for $1,000 to the stadium lights so that there would be a matching donation for that. Um, we've really tried to up the social media presence to celebrate the kids and what they're
doing. Um, and to encourage community to come and see what they're doing and when. Um, that pretty much sums up all I had for what we have done. If you guys at any time would like to see our notes, correspondence, meeting minutes, or anything like that, you can contact any of us. Um, we would welcome anyone to our meetings. are very short and they are not very often. Um dates and times are posted on our Facebook page and our next um one is June 9th and then Chris is going to kind of go over our goals that we have. >> Okay. So um we have offered a new record and that is the we value the contribution to making activities for kids easier that includes active participation. It continues to be our main goal for
the kids. Um we have noted upcoming cause that may be something we can donate towards track gym improvements. Anybody has any suggestions, give us a shout. Maybe we're missing something. Maybe it got lost in translation. Maybe it got lost. I didn't Anyway, but please reach out and let us know and I'm sure I'll write it down with my phone text right away. Thank you. Any questions? >> How can How can we help you guys? I mean, you guys do a lot in your spare time. We appreciate it. I know the kids appreciate it. >> Yeah. Um I don't know. I guess if you see any of the booster members, which you are once anybody wants to know, how do I get involved with district? How Yeah, >> participation really is at whatever level you would
like it to be. >> For sure. >> We haven't done a very good job of holding people into more participation. So, >> well, thank you for coming here tonight. You know, one thing we we discussed is making this like an annual event, you know, to to make sure that, you know, talk about communication. you know, we we think we're communicating all sides and it's, you know, with this being an itemized thing that we have to approve through budgets, we get audit and things like that. I think it's important to continue to do. Thank you for coming tonight. May every May the time frame you guys want to come because May just makes sense. We're not doing anything in May. >> We're the budget same time around the budget maybe. >> Yeah. >> May June. Yeah.
That's a great time for us because we we do mid midsummer we're focused on budgets. So, >> yeah, the $5,000 for meals, it's it's pretty cool. We don't want anybody to build up to decide they're part and kids. >> We appreciate y'all's expansion from just sports to all of the activities, all of the kids. That really helps a little definitely helps. Er says be half hour. So >> really thank Thank you guys. You know we'll move on to the consent agenda. >> You can stick around. >> So I'll go on the consent agenda. Everyone should have everyone have in front of me. Mr. President, I would move to approve a consent agenda and Brandon has a second. All in favor say I. >> Post same sign. Motion carries. We're going to move on to excuse
me. Uh the building committee RFP football lights in the stadium. Take that. Uh so we've been at the building committee this we open up. We had three submissions for our RT. One from Triple D contracting out Monuma, one from Davis Electric out of Simon, and then one from Toby Scott Electric. And of those three, um, Triple D and Toby were definitely the top two. Davis quoted us. We were going to replace all of the holes out there. All that there was way higher than we were looking for. We don't believe that we need that work. So, Triple D and Toby were both very competitive. However, we kind of gave the edge to tow for our recommendation the board just because of our working relation to them. His uh quote came in at $58,750. So just
under 60,000 mark. The only thing not included in that price is any welding necessary. We do believe that's going to be pretty minimal. The other quote D was at 62,396. So those were just about $4,000 shy. We believe that they're going to be right at the same just because of our history >> because we eliminated Davis frame. >> Part of the RFP was that work will be completed on your good news your phone call. >> Oh uh yeah we're also fully fun. So we've reached the full $30,000 match. So and we have a little bit more than 30,000 raised on our be just over 60,000. >> It's a huge plus. >> This isn't an it is. >> Yeah, this will need to be >> I make the motion to approve. We have a motion, a
second to approve Toby Scott, the RF lights. Same sign. Motion carries. We will move on. Nick, go ahead and do your facility report. Damage sustained in the thunderstorms that came through about two weeks ago. And so with that, we started all the wildfires. Had a great time. Um what happened was the edge of that roof uh lifted up and was carried over and so did exposed to some water. Claims were filed well both our insurance companies were contacted the day that it happened. It was after hours so filed the next morning both with Chuck who was our property insurer as well as our wind and hail by um both claims been filed. Um, I was assigned a claim agent that day with Jud who I worked with and followed all their nurses closely. It was
my memory required. Two days later, I was assigned an adjuster for the claim. And again, I followed everything that he's given us to do to date. They are currently in the process of building a temporary roof to cover the areas where water did come in with the rain last week. Um, and should they are on pace to have that completed tomorrow before the rain's going to come in tomorrow. Um, and I've got adjusters with the whole group of people coming by the end of the week and I will warm up next couple weeks. You did you say you had an RFP that we need to talk about for I think we're probably going to have to do a special meeting get sometime soon because we are going to have to do several RFPs to my
estimate but to get the class back in shape for August I think we're going to get up pretty quick. So be be prepared for a ample communication for me and Paula and Nick over the next the near future because we will have to have several there's there's really nothing for us to be able to decide tonight because we're just not we don't have information to decide upon this matter. So as we go forward be be prepared for that. What is the composition typically? >> Um they're going to just nutshell what what mitigation. >> Yeah, very briefly. So what they're doing is um using 2x4s are going to go across the membrane that is still intact as well as the exterior of the building and they're going to build a wooden frame and so it's going
to be slanted towards the west for raw primarily. Then we're going to get a few feet over onto the east on part of that temporary part of east. That foot drains off of that slope is going to be part of piece that it's not going to come back. So it is just a temporary structure that's going to shelter the exposed portion from that rain. They're going to do that using wood and then they're going to put a tar paper across it. And in in this process, if you got questions for for Paula and and or Nick, definitely feel I think don't hesitate to reach out to them on this topic. So, anything else you have to report on away from the roof? >> Um, away from the roof, everything else for December is going to
carry on as normal. get the tanks harder to put in. Campus is still to go back another week and a half transportation side of things. I've got all our scheduled maintenance going. I'm waiting to hear back from highway patrol certification, but other than that, all of our summer maintenance for the buses are already scheduled going into July. So, got pretty good handle. Everything else powering any more craziness. Very good. Anyone have any questions for Nick? >> Back across campus. What's the schools? >> Uh we are hosting the bike across campus this year. So they will be on campus. There's going to be several folks camping out in what is now the east. Uh and then there's several folks will be sleeping at the gym. I believe CPAP users are going to be sleeping in a
couple of these central rooms. >> They utilize our cafeteria for meals. Food trucks out front. But it's a it's an event where these folks are biking across the state get to experience lots of different small towns. It's meant to kind of bring some lives to action both tourism because paid and fund raise and that kind of stuff with a group that's nearly 400 people coming through town. >> They come in on Sunday the 6th. They'll be in town roughly 1 or 2 p.m. that afternoon. Depending on how fast they ride, I think they're coming down. >> So they'll be staying in Monuma the night before. will stay here from the sixth way to 7th and then by the 7th I believe 8 a.m. or 9 a.m. >> And this is really exciting because we'll have
a shuttle that'll run from here downtown. There's a group doing a dinner down at Christian camp. We won't have to stop there and then we're going to stop in front of city hall because they're doing taste of Ash the same night. So this will give a lot of exposure to the whole community. Naomi over at the city has been absolutely wonderful in working with us to get all this good joint kind of effort between the chamber and school nervous but figured it out. >> Lemonade. >> Absolutely. >> Very good. Um, anything else? >> All right. Thank you. Um, Paul, do you have anything for him? You have a three-year-old birthday. You can be need that shirt by chance. This was fully intentional. >> He came up to me, Jeremy, and he's like made sure I
saw it. Michelle after kudos for he's packing up. This this job can be extremely overwhelming at times, especially if you happen to blew off on the same day that fires are starting and you're not sure which way to put your hat on. Um he's really worked hard with jobs and with service masters and all the things and he's been up here late nights, early mornings. has just done a fantastic job to stay on top of what it needs to have any questions. >> Thank you, sir. >> We're move on to the principal's report. Heidi, you're up. >> Okay. So, um the first thing on my list is we had a pizza checkin with Dr. Amber Miller from the state and we are making our sixmonth goals and we're on target for our year goals for
that accreditation system. um at our one-year goal, we will meet in March 6th. We're hosting the event on November 10th. Um it's called a schoolwide improvement day where we meet with those other schools and we get to share what we're doing and changes that we're making and the the results that we're finding. Um the other thing is if you'll look in your packet, the building needs assessment. This is just some data we've accumulated for the end of the year. Our building attendance rate is 94%. Our chronic absentee rate has went down both elementary and secondary level and a graduation rate 100% dropout. Um the other thing is scores are in and you will if you have a student rejected they will be coming home this week with um first look I like to look at
cap scores as a whole as a district and compare how we did across the state compared to the state I guess and we are above state in some areas and right at level with the state. The next page we went ahead and did comparison over the years just on reading since we're focus was on literacy and with the teachers receiving that letters training. Um we did see the fluctuation there and some good areas. So the page looks like this. Um the change was our kids have went up on target this year by 17%. Um that higher rent also also went up but the the middle group went down. Here's another one. Excuse my notes on targets the gray summer pirates. So our kids are moving. We're gaining some of our um high-risk movements moving. So,
probably is that difficult. Um, let's see what else. Some big hurdas. Last week was pretty busy. Thankful we were able to have the day and a half to finish things up and let kids present the projects and have closure on the school year. I think that was very, very needed. Um, with that, we have 19 kids this week going to FFA convention. We have two sophomores that are tendering attending a leadership conference in Ma Man Manhattan that's called um Hobie and then we have 11 uh state track qualif regional runnerups. That's was a big accomplishment for them. Um yeah, lots of good things. girls won the regional track meet. We were getting ready to leave. Had no clue. We looked up the scores and oh my goodness, we're winning for track meet. So that was
a huge surprise. >> Pretty cool. Send kids to Hobie. That's a really good program. >> Yeah. >> And we haven't done it for a while. >> No, we haven't. >> And we we made it a process where they had to write a letter uh explaining why they should be picked to go and that's how we chose the two individuals going. Um yeah, I hope to have them come back and share what they learned with us. take that. >> Yeah. >> May I may I chime in? Because we haven't sent anybody, but that's not because we haven't offered it. >> Yep. >> So, when I talked about the ACT scores, how kids have about retaking their ACT, this is another reflection of that wanting to improve still they're wanting to do leadership things. So, I think
just across the board, we're seeing more >> at least 25 years ago. If you were a Hobie attend attendee, there's a good chance you're going to be leadership state afterwards state there's a pretty strong correlation there at least 25 years ago stays worse now >> guess performance >> sorry to interrupt you there but really really cool we can see uh attendance improving and scores going is pretty neat any questions or comments for Heidi >> I congratulations the attendance that's a really big thing Remember our meeting a year ago? >> Yeah. >> From 25% to 10%. >> Way to go. >> Just communication. >> Great. All right. Thank you. On Dr. Do you have anything for the special report? >> I'm a broken record on that, but um we just continue to discuss finances and we're
still chatting about how we're going to structure assessments if we're going to change our interlocal agreement. The newest number is $1,120 assessment fee for the year and that should stabilize us for about three years if we go that. Um they also have staffing need increased coordinator position that we're still talking things over our issues more exciting than that should work. >> Maybe someday you'll come to us with a positive report. >> Yeah. >> Okay. We'll hold our breath till that happens. >> I'm sorry. >> All right. Thank you, Kelly. >> Down. Yeah. We move on to follow on the district report. >> I'm going to start mine with not so positive news. Um I don't have numbers yet, but I did get a phone call last week that our work comp premiums are going to
go up next year. We had a claim two years ago that was pretty significant and it has finally hit. That's going to impact us for the next few years. We are however working pretty closely with KASB and their team to make sure that we're really educating our employees on safe measures and ways to protect themselves and hopefully minimize and decrease some injuries. We don't see a ton of injuries, but because we are such a small system, even one even one hit hits us pretty hard. The bad news on that is we do know it's going up. We knew that two years ago when that incident happened, it's just finally hitting us. >> Is it three or five? >> Is it five? >> Yeah. Can you look at a different >> We had a last year
and we just switched seems fine, but it might be. >> The only other thing I have for you in district report is I'm going to sum I'm summarize all of this into one really super short nutshell and then if you have specific questions, call them. We are going to do a systems conversion this year. We are going to eliminate three systems and replace them with one to streamline it for us, to streamline it for our families, and to save about $4,000 a year. Go Edgesar um my education data or how it's full going and then Red River. Red Rover was the one we were using for substitute coordination and time clocks on our old system. Um, with the new accounting system that came in, we didn't need it for time clocks and quite frankly, it's
too big for us for sub coordination. We just don't have the number of subs and all the things that it handles. So, kind of a wasted expense. That one's blown away. Um, my education data that we were so excited about is still wonderful and we are still very excited about it, but again, it is way too big and way too powerful for our community and it's a pretty sizable extent. So, we're eliminating that one. And then, um, go ahead just is not it's just not as flexible and as workable as we need it to be. So, for example, um, every other year we have to do a civil civil rights data report that requires get detailed data in terms of enrollment and who took what classes and behavior and attendance and all the things for
a whole bunch of subgroups. Goage charge does not roll that over your kids. So we do not have a comprehensive look of kids. Um when we're looking at students who are really starting to struggle with behaviors, we need to be able to go back and look for patterns and behaviors to help us identify where the issue is and be able to work with it that way. So we're just not getting what we need from. So all three of those systems are going away. We're going into something called power school which does all three of those systems in one. And like I said, it's going to save us about $4,000 a year. So kind of excited about that. Parents will still have access. In fact, there's an actual app for P school that should make it
easier to access. >> Power school is one of probably the most popular system for the smaller state. along that lines parents usage of those of those programs. Um I'm just trying to think about a way to maybe boost that somehow whether that's through a you know sports talk about it or uh you know parent teachers conferences talk about a little bit maybe show them right open house just trying to figure out a way to incorporate to try to get more parents involved in that you you I think some of they actually used would we kind of figure it out like a lot of them are scared of it maybe I don't understand use it figure out how easy it is to be more involved >> way you can see through >> how schooling how's school
going in right But now parent itself doesn't have that capacity. It doesn't function as a student involvement system. It's more >> but I do think with powers utilizes both >> I believe >> there should be but I'm pretty sure there >> you Can I ask you specific on the ones and sales tax? Is that on track to be on the August now? >> Yes, it is. In fact, first drafts of the information to go out. These are just drafts. I'm hoping to start getting these pushed out next week. Confirmation from Anna that the question got submitted. Good to go. Just a reminder that it is all reinsured voters in the city of Ashland. Party affiliation is not required. So, Thank you. All right. Anything else follow? >> Not on district. >> We're move on to
uh excuse me to enrollment now. >> Okay. So, um data. You see our open enrollment numbers. Last month, I presented to you kind of what we thought we were going to have. This is an action item tonight because I do have to have it posted by June 1st under the law that into effect last year. We have to publicize how many open seats we anticipate having. As a reminder, if somebody moves into district, they do not fill out an application. They are physically within our boundaries. We accept them. It takes one of those seats and away we go. If they are in another district, which um again, next week as I'm starting to push stuff out, I'm going to push out recruiters and things like that. If they're out of district, we have to apply
for those open seats. If we end up, if we have five open seats and we get six applications, then we notify them. We have a lottery and somebody gets a ticket out or we exceed our numbers. If we exceed our numbers, great. We exceeded our numbers. We just notify the state. This is just complying with the law. That's part of why we've been out with by a parent square. We thin out the pre-enrollment questionnaire so that we would have a better idea of where we're sitting. At this time, we set our max capacity for preschool at 15 and our max capacity for all other grade levels at 18. We don't have any recommendations to change that. We think those are good target numbers to to stay at based that's based on room size, um staffing
capacity, all of the things under a normal school year. We think that those are good numbers for us. We don't have recommendations to change those. And then um based on those set scores or set numbers, we do have available seats in all grade levels at this time. Below it, just for your knowledge, based on the pre-enrollment information we got back, these are what we're looking at number-wise compared to this current year going into next year. Our total at the end of this school year was 183. We are anticipating 166 for next year. Most of those are move out moving out of state. We also graduated 14 and we're getting in class sizes are >> motion to be open. 2627. >> I'll move to accept the 2026 27. >> Second, please. >> All right. Motion getting
seconds. All in favor say I. >> Close. Same sign. Motion carries. Any other discussion on enrollment? Just quicking is this setting lowering your capacities doesn't impact the number of physical children. >> I appreciate that. >> Okay. Anything else? We're move on to policy review. last meeting this was the uh conversation it's called JCDC we tabled this last month get clarification in fact Jenny went out and discussed with our legislative legislature on this topic uh Paula has reached out as well get some clarification of some of our questions that we had so Paula I'll let you take it away from here on you have an email you have email interaction >> I do with Angie Salvar >> so how to actually set a phone call with Angie um at KSP. And what has to happen is
by July 1st, this this law goes into effect and by September 1st, we have to send an adopted policy to KSD. I did reach out to KST. At this time, they have not had discussion as to it being a compliance measure or not. However, there are rumblings that the state board because it is now law, the state board will likely look at making it a compliance measure. And the way those work is if we are not in compliance in certain areas, it affects our bill, which then affects our accreditation. No firm answers on how it's going to impact us, but lots of you really should do this type of thing. What I did is I took the KASB policy that I presented you last month, which was straight from KASB and written purely based on
the law, and I modified it to fit our current processes. I sent it to Angie. She looked at it. She says, "It looks really good with one exception." And on the actual policy itself, if you look down in the third paragraph under device storage, it says all student personal electronic communication devices shall be powered off and securely stored. That's where I had it stopped. She has said that in order for KSD to accept it when they review us for compliance September, we must have the phrase away from the student's person and in an inaccessible location during this pool day. There's nothing in the policy that specifies what or where that is. The rest of the policy is based on our current practices. Do you have anything you want to add on your conversation? >> I
would like my thoughts on this and purely just my thoughts on this. While I am most definitely not thrilled about the overreach, I am not thrilled about adding one more fight that doesn't need to be fought to the school day. I think our policy and when I was contacted by legislation, multiple legislators prior to them even taking this to the court told them the same thing. What we've got is working. We're doing a good job. We're getting results. have test results, right? We're fine. So, them to take it the one step further is very frustrating. My concern is I'm really worried about the method that we're sending if we don't do what the law what the law asks us to do. >> Thank you. you know, specifically from the legal representation of the schoolboard association
giving you leeway here. I think that you can you can implement this rule as directed by said an agency. How you choose to enforce it is still I wouldn't read too much into fall >> right which with with the adopt with the the modifications to what I showed you guys last month. That one does kind of give us a little more in terms of how >> disregard the email language there. There's obviously employees audit us. >> I'll move that we accept policy JCO second, please. Thank you, Jenny. We have a motion and a second to approve JCBC as presented. All in favor say I. I. >> Oppos same side. Motion carries. Thank you. Believe that's all we have for open session. We have a couple uh we have a couple executive sessions we need to
go into. We'll start with negotiations contract. >> Motion from Brandon. Second. All in favor say I. Same you said how two minutes. Okay. All right, we're back in open session. Um, need a motion for to approve the personnel transactions. >> All right, Kelly has made a motion and a second. >> All in favor say I. >> Same sign. Motion carries. Um, so what you have on on there for next meeting? It says June 15, 7:00. This last month we were going to do the um the KSP work session. We moved that to this June meeting. Uh don't be surprised uh like I said earlier in the meeting reaching out to you guys. Um I'm going to throw out that potentially we look at early morning meetings on these special meetings that we we're going to
have to have um going forward. Um there will be one we might have to do via Zoom and so we can do these via Zoom on these other ones. So don't feel like hey because we we call a meeting and you're out of town we can't do it. We can certainly make these things available to you. Just keep keep that in mind. So okay u that we we have motion. Okay guys motion second. All in favor say I. Motion carries. Thank you guys for um time to move from last Monday.
