001Okay, I am I am reading your lips since you're on mute, but I definitely got that first part. Okay. All right, everybody. I'm going to call this meeting to order. Um, can I please have a motion to approve the agenda as it stands? >> I motion to approve the agenda. >> Great. Can I get a second? >> I second. >> Thank you. Um, so all those in favor? Good. All right. So, um, the next part we're going to do is just a quick call to the audience. Please ignore the dates. This is an old one. But were there any comments? Um, Hilda, public comments to share. >> Hold on because I took Oh, I thought I had taken myself off mute. Um, no, there were not. >> Okay. So um our next one is just
002the discussion of the like new policies. Um but before we do that I wanted to make a suggestion. Um actually I think we do have new members. So why don't we go ahead and let everybody introduce themselves. Um so I can start. I'm Adriana Padaka. I am the principal over at Monav Vista and this year's chairperson. Amy next. My name is Amy Burgess and I'm the director of student support services. >> Um, James Diaz, assistant principal gateway. >> Hi, my name is Heather Gonzalez. I'm um joining now as a parent leaison and my daughter is right here. She's very nervous. Her name is Shiloh. She we are built more prep families and um she's trying to dip her toes into some community involvement. Adrian, if you're speaking, I think you're on mute. >> I am
003on mute. I was just saying, does Evan want to go next? Um, and I thought maybe she was being shy. >> No, I didn't know. I just logged in. Are we introducing ourselves? >> Yes, we are. >> Hi, my name is Evan Johnson. I'm the assistant principal at Larry C. Kennedy School. >> Um, and then also I know that our behavior interventionist, Alexis Goa, is going to be late, but she is joining us as well. Um, and then there is also um I forgot Justin's last name, Mr. Man, but um >> Campbell. He's also on the committee and I'm not quite sure if he's be able to make it today, but those are that's kind of the committee um so far. So today what I was thinking at least we start with we do have
004if you look here on the agenda reviewing these new policies and we might get to them um but we do have to present to the governing board each year kind of like what our progress is. And then so for Heather as you're looking at this um you can see that these completed work this is all the work that we have like gone through this year. Um and then our hope was to get through these policies as well. Um and then I think the expectation this part I'm unclear Mr. Man I don't know what the date is for it and then there was like a back and forth. It sounds like this is going to be something that we do have to present in person but then there's also maybe it would be recorded. So, I'm
005gonna hand that off to you to let us know what we're doing. >> Fair enough. Um, and just um for Heather and anyone new that's listening. So, I'm not a member of the committee, but I am here exeicio as a resource. Um, sometimes Katie Gibson Mlan from our board sits in as well. Really appreciate um you know the having a family where a parent and a student are joining us is amazing because we always want to have more parents and we love having a student member. So, um, we're very welcoming to that. I apologize for some of the delays. Um, you know, we're kind this meeting got pushed back, um, once or twice and so, but I think this is really good to have you in, you know, kind of our wrapup of the year
006to kind of see the work from this year and then hopefully we can, um, if I'm we're assuming the work will continue next year and then that way you'll have a nice transition into the work that we do for next year. Um the the the only board meeting that we currently have left that's on the books um barring needing to stand one up for a specific reason is on June 23rd. Um I do think I would want to um verify this with our board president, but I'm pretty confident that um for a lot of things we've we've stood up a video presentation and I'm pretty confident that would be helpful for this because there's a lot of information related to all of this. And one of the things that we're trying to do in our
007board meetings is transparently provide as much information as possible without creating an 11-hour board meeting. Because if you think about the June board meeting, we um in the past have had two June board meetings. We've had consent agendas that run from A to like double G or something like that for both of them. They're combined into one this year. Um we do have a budget hearing, bud budget and truth and taxation hearing. Um, we have a bunch of action that needs to happen on the meet and confer process. There's just I mean it's going to be a jam-packed meeting. Our our final progress monitoring report for the year. Um, so I think there will likely be an in-person presentation necessary if we're using it as a first reading for the board, but I think we
008could significantly shorten that if a lot of the content is provided through uh recorded presentation and then um any members who were available to be present at the board meeting could give a quick overview and then field questions from the board and then that way it would be a little bit more efficient use of time and is also So typically a little bit more um functional for the board because they'll have time to process what they saw in that presentation in advance to really have some good questions or be in a position where they go, we love all of this and we don't really have additional questions. Did that help at all? >> Yeah, I think so. So my thought was that what we would do today is just um kind of look at the
009former presentation that we've done in the past. I I did not update anything. I was like, let's figure out first if this is what what everyone is okay with and then there's some conversation we should have in terms of like what we're recommending. Um my thought was if we can do for like the next hour we kind of just map out what this presentation would look like, we could then do like another half hour and try to get to some of these um policies that we weren't able to finish up with. Uh, so if that works for anyone, does anyone have a suggestion though um of how they would like to do this instead? Okay. >> I actually really appreciate the suggestion of looking at last year's and then looking at the format. Um, why
010recreate the wheel? >> Yeah, >> that's my hope at least, right? >> Board reports I just add on to them and then edit as I go rather than recreate everything. It doesn't make sense to Yeah, I agree. Um, so I'm going to just run you through the slides. I'm not going to talk about them obviously, but kind of how we did it. So, initially we just introduced all of the committee members. This has always stayed the same. It was the purpose of the advisory committee. So, I didn't I put in red areas where I knew we were going to have to change it, but u this should probably be the same um purpose. And then we did give a timeline. So in the past we've started from like the very beginning and then I think
011that we could also plan on just doing the timeline of this year. So that could be some conversation to have. And then all we've done is we've like this is the policy. So we would give the code and like what the domain was and then we shared the biggest pieces that were changed or that we would want to highlight. Um so for example with this one um there was a lot more this is actually our two years ago one this there was a lot more of like um legal ease to it. So it sounded very like you will comply to the authority and we will call the police and so um we really move towards like a you have a responsibility to your community and that you um even when you are making these poor
012choices we're still uh there for you to make sure that your like psychological and emotional well-being is still being addressed. So that would be one example and then you don't we don't need to look at each one of these but that was basically every single one their major changes we showed. Then we told them which of the policies we were um initially like asked to look at or what policies were left. So we would need to kind of decide what those are. And then um we would tell basically what was happening. This was kind of when we were saying like okay so after your first read it's going to go to the attorney. I think when we gave this presentation once before, it already gone to the attorney. So, it was really just like this
013is our final read that we're introducing you to it. So, that part we definitely would need to change and I'm not quite sure where we're at with next steps. And then the um team kind of came together and gave recommendations. So, that's definitely something that we would need to talk through today. Um and then that was it. That's basically how it's always been. Um maybe feedback on do you think that there's another component that we should add um knowing that we have to like update with the policy but if there is there anything else that you think is not part of this like flow that you would want us to add anybody okay um >> I'm wondering actually um like I know because we have new policy right now and we're being guided Is there
014and I'm sorry if I missed it. I'm having a little bit of allergy issues. So if I start sneezing and suddenly mute myself, you'll know why. So I'm wondering did is there a spot where like if we continue with this committee moving forward next year, like is there policy that they want us to look at? >> So what we've done in the past is on this one, this was all the ones that were left over. So, for example, um we we always seem to just like put off the secret society and gang activity. So, that actually would stay there, but all the other ones we have already covered, but we would um like if we don't get to these today, these would be the ones that we would tell them we haven't gotten to. Um
015and there might be more, but that would be kind of what we would share for this slide. And then in the recommendations, that's when we would say um like basically what we knew we didn't get to that was like beyond what they said. So one of the things we keep talking about is aligning the staff policy changes to um I'm sorry, aligning the staff information to the students. Um so that's where we would do that part. Does that answer your question? Okay. Um, anything that you think we should add? I think that you do bring up a good point because we don't have it in here is um, and I'm not quite sure I could speak well to it, but uh, Mr. Man, something that like explains the like we jumped back and like forth
016like you know, we were on the copper one, but not really. We were using the trust and now we're back on like a new trust thing. Um, so I think that could be something, but I'm not sure if that's necessary. I mean, obviously knows. No, I think I think the way I'd probably I mean I'm not suggesting how you represent it, but this is the way I I've processed it is the team spent quite a bit of time this year verifying alignment like that the let me say this a different way following the pol like two policy manual changes. The team spent quite a bit of time verifying that the current policy manual we are on the policies that we worked on um are showing alignment of the changes we made in the current policy.
017Does that make sense? Hopefully you can put that in a more understandable. >> It's called is it called a manual? Trust manual. I can't >> It's the It's the uh policy manual. Yeah. >> And it's still the trust. >> Yeah. So I think that would be one. Is there anything else that you guys think um should be included? And maybe Heather too since since you were with us and you're kind of starting with fresh eyes. Um I clearly did not explain that, but is do you have a wondering like what's the point of this maybe? And then we can make sure that >> are you talking specifically about um the manual or the the the meeting that's on the 23rd or >> the meeting on the 23rd? Like if you're looking at this presentation knowing
018that you don't know what the updates are, but that's like a big chunk of it. Is there something that would be a question that you would have >> um as a as a parent? I mean it it looks like was it um we had some concern with um some hate speech here at BPA this year. I don't know if you said that was covered or would was going to be covered. I think is in the section with the gang activity in secret societies, but um I think the parents who I've kind of pulled are are mostly concerned with um I mean some considered I mean I guess bullying specifically bullying in our in our grade school level. >> Um I know that's perhaps what the meeting is about, but I think that's the largest concern
019from the parent community. And then we walked away was getting my number of snack when you were doing most of the review. So >> Oh, you're fine. the bunch. >> We did go over it um a little bit. Um I don't know if it's on here though because it was already completed. So that would be one thing though we like the questions that we need to make sure we have. Um and then I do think we should assign like who's going to do what slides um at least in like preparation of them. But um one of the bigger conversation pieces are the policies. So on the secret society one, I know these need to change. They're now like numbers. Um if you did finish the um yeah we did so these are the ones that
020we had on like docket for today but I don't know if there are more. Amy, do you know off hand if there are other policies that would be I don't know off hand. I'm kind of going through it too as we're looking. >> I don't think there are honestly. I mean, I think we did cover some of the stuff with like in terms of or unleash like, correct me if I'm wrong, right? Like I'm not I'm not remembering incorrectly. I that was earlier in the year where we talked about even conduct and behavior. Yeah. And I think the new secret society thing is this hazing prevention policy because they don't have a hazing one. So, we can double check and see if there are any left, but these were the ones that are definitely left.
021Um, and the next steps I'm not quite sure about. Why don't we take some time to brainstorm if we have any um like any recommendations? So, are we the creative policy regarding speech? So this is from two years ago and last year we found out that there really isn't like a specific policy that can be made for hate speech that it does like you were saying Heather like it falls more into like our bullying and anti-discrimination. Um but there wasn't like like a statute or anything that said like this word is hate speech. Um kind of like that whole like um I can't remember the justice but the I know it when I see it. Um, that's kind of where hate speech is falling and it's being disciplined in like bullying. Um, and then also
022in student conduct and like student conduct includes just language, inappropriate language. Um, because I'm going to delete it, but that's why it's like an old one. I don't want you think that I was skipping it. >> I will say um, so the the incident was something that happened at YMCA after school with a BPA two BTA students and Shiloh, my daughter, was actually the one who told me about it. So I approached the mother She reached out to Dr. Dear and 24 hours later the school had sent home uh documentation about race racism and um how to treat each other with respect. So I thought it was handled very very well. >> Okay, perfect. >> Yeah. Um determine guidance on law enforcement uh contact involvement and mandatory reporting. Okay, that's actually also that's an old
023one because they updated the mand mandatory reporting requirements and there was a new training that everyone had to take. So, we don't need to keep that one in there. Um, and we updated the um the form the like DCS and the police officer forms and then also like when they're um interviewing the kids. So, those are all done. Um, these are the only two that kind of like carry over. Um, but is there something else that you guys would like to recommend? >> Can we do that last part again? Sorry, I'm getting a lot of feedback. >> So, it's like breaking up on that and I couldn't hear quite hear that last part. >> Can everybody make sure everybody's muted? I think it usually is when we have multiple unmutes. Um, all I was saying
024was that the ones that I've just deleted, they have been covered and so these were the only ones that like still pertain to like possible recommendations, but is there something else that we wanted to go over like I can think of two things. One of my teachers has been and I don't Mr. Man, you might have to help me out with this too. uh they've been talking with um Heather about a group that kind of explores like how are we supporting our like members of like the LGBTQIA community but I don't know where that landed. I don't know if that landed as in like this group was going to be doing that or there be a subgroup but that was something. Well, if and sorry to jump in, but >> my experience thus far has
025been it's been struggling to get stood up and so it my assumption is this group will continue next year and my best recommendation if the group's willing to take it on is that um I know there's one other person in the district that had an interest in working on it um you know Heather could certainly join us exeicio um you know for any meetings related to that um and then I think it's one of your staff members is the other staff member who's interested in being a part of that conversation. Um if the group is willing to I think the most likely way to actually get something on the books would be to make it one of the tasks next year for this committee. >> Okay. Um >> and I cut you off. You were
026going to do a second thing but >> No. Well, let's we can go and wrap this one up. Um so then do so what is our recommendation? Do we want to recommend that there is like a review specifically for our special population of students who um identify within that community or do we not want to recommend that? Do we think that should be somewhere else? This kind of like opening it for discussion. What are your initial thoughts? >> Can you clarify what you mean by a review? So, it's not so much a review right now because we really don't have very much. We have um like you can't discriminate based on gender and that you can you can't harass anyone based on their gender, but beyond that, we don't really have um policy that is
027specifically geared towards uh that community's um like rights and protections. So, I can give you an example of how we've done that in other ways. We do currently we did um incorporate a policy that's called uh it's protection of student origins or like student origin protections and it kind of was directly aligned to um some of the really big immigration things that were occurring last year. We don't really have anything um I don't want to say special but for lack of a better word special in terms of like identifying um like policy and protections for for that particular sub sub community in our group. So it would be taking that on um I don't necessarily know what that would look like but that was the request. Does it feel like something that you think falls
028in line here? something that you think we should do or would we want to not recommend that and like have that group of people kind of looking for other avenues to make that happen? >> Was that targeted to me, Adriana? Sorry. >> To anybody. I don't want to I don't want to type it down until I know at least three or four of us are into the idea. I mean, from my from my perspective, for what it's worth, you could even revisit that national origin policy and make it protections for national origin and, you know, gender or something like that and just add it to it. Because one of the things that's the way our new policy manual is structured is the goal is some of the policies are longer than they used to be,
029but the goal is to have fewer policies to make it easier for principles and assistant principles and parents to find things in it. >> Okay. >> I don't know guys. Should I start calling names? I just I need somebody's input. What would you like Evan Amy for? I'm honestly I kind of agree with what Jay was saying. Maybe we can look at that other policy that we already went through and see see if it would make sense to add some of that other language to that policy. Um I don't know. I guess it depends on if the other group or the teacher has like a lot of their own like if they coming with like things they've already started working on it that may not work to mesh that with the existing policy but I
030think I could see an avenue where it would align with what we're already doing. >> Amy, what were you going to say? Um, I was just going to say I'm honestly fine with whatever the group decides, but I think just adapting it rather than recreating it might be the best route. >> Okay, I'm I'm good with that. I think that teacher Haynes would likely be like a great addition to the group. Um because in conversations not specific to policy, uh they're just they have shared concerns about some districts are um being more exclusionary in their practice and they want to just like ensure that there's like inclusivity um or or that we maintain our status quo. Honestly, we maintain our status quo because we there has been like space like held for for members of
031the community. Um but I I I do think this would be enough to at least start and then when they join the committee perhaps they would be able to help more. Go ahead, Heather. >> Um with these with our new, you know, BPA just had their groundbreaking ceremony last week and Kennedy was just built. What are um with our newer buildings? What's the bathroom policy for, you know, trans students? Are there going to be any genderneutral bathrooms at the new BPA campus? >> Um, I can answer that if that's helpful. Um, so starting with the Kraton Academy, our last three rebuilds have been the Kraton Academy, Kennedy, and um, obviously Builtmore is the one that's currently being worked on. Um, when we redesigned the Kraton Academy, it was a bit of a challenge at the
032time because we were kind of early in the field with this in the education space, but we took a cue from the restaurant industry that had gone to monolithic stalls for restrooms and shared sinks. And so that that we um put that in at the Kraton Academy and it was very successful. Um, and so we we did repeat that at Larry C. Kennedy and Evans probably the best person to speak to how well that's working or not working for Kennedy and that is the current um design plan for Builtmore. All of the blueprints and everything have the restrooms designed in that same way. But Evan, I' I'd love because I haven't asked you recently. I'd love to ask you if that's functional or if we're creating problems in some way. >> No, we love it.
033Honestly, it's there hasn't been a single issue um at all. like not even with the older kids or anything like they don't even the kids don't even seem like they realize it's any different to be honest. It's really nice. The only thing that we did do um is identify grade levels for the restrooms because it did feel a little strange that you could potentially have an eighth grader and a kindergarten like a eighth grade girl and a kindergarten boy or boy, you know. So, we did um like our downstairs outside restrooms. We did kind of identify this as like a K3 and a 48, but other than that, we haven't really had any any issues at all. It's worked worked really well. >> I mean, honestly, we even do that at like the older campuses
034where there's like um boys restroom, girls restroom, they're still like this is for K2, this is for 35, this is 468. Just because like like you were saying, it's honestly protection for the kindergartener and it's protection for the eighth grader. So they're like they should be able to use a restroom that's like in their designated area. >> I have a question. Um the third bullet uh can can everybody hear me? Okay. >> Yeah. >> Okay. Sometimes my internet connection is not so great. So I'm always paranoid. Uh the third uh bullet align standing policy to specifically address the needs interest of our LGBTQIA community. Um, and and this could be just my own interpretation of the way it's written that kind of implies to me that we have policy already that is uh do do
035I guess that's my question. Do we have policy that specifically kind of focuses on that? >> Uh we don't beyond um gender discrimination and um harassment. Uh so when we say standing policy uh uh Mr. Man was mentioning like we do have specific protections for na like uh should have looked it up origin of nation of origin something like that. So maybe we align it to that. So standing policy I just meant like current policy. I also am just jotting notes. So, we definitely need to word smmith. But that was what I was trying to say like take what we have and make sure that it's like encompassing maybe to um ensure it encompasses um the needs of our um so align standing policy or I guess I should put current I don't know why
036I said standing current policy to And I I also have a follow-up question too when you're done. >> Does that sound better? >> Does that work? Yeah, I mean it could just be my own just interpretation of it. I don't I mean it's you know I think it is what it is. I was just I was just thinking to myself I was like I I'm I didn't I wasn't aware of any policy that we currently had that specifically focused on LGBTQ or or a lot of other things too. So it's kind of broad base. So I was I was I was a little curious about that. So >> yeah, because the other thing we could do it too is also instead of saying it this way, maybe it could also just be like explore um
037like the need for additional alignment or additions uh to meet those needs as well too. >> Yeah, that's yeah, I think that's uh well said. >> Will that be better? And then I did have another question that kind of and let me preface this by saying I'm not I am very much supportive of this. I don't want to give anybody the wrong impression of this, but I I I am also curious because I I do know that there in the past have been members of our community that have been, for lack of a better words, uh not supportive of this. And um I'm curious uh from Mr. Man or from anybody else um in because I'm I I'm I'm always I'm always thinking about messaging and how messaging is received and u always trying to
038uh look for ways to avoid things exploding. Um and um uh trying to uh figure out like you know do because in the past we have had uh some very very vocal uh groups that have sort of stormed the board so to speak for whatever situation that was their particular thing of passion. Um, and I guess my question, and this is just kind of a broad-based thing, is should that be part of this conversation as well, too, or is that out of the scope of this? Um, I'm I'm just I I just keep thinking that like that there I mean, we've had a strong performance groups. Um, I know uh we've been sued before for bilingual education. Um and um I do know that there are members of our community that are not supportive of
039anything um that is uh uh supportive of that. So just want to throw that out there. >> I well one I think this is just a recommendation so we kind of are leaving it to the board to decide. Um, and then maybe that's a good reflection for everybody like uh assuming we all continue on the committee and knowing that there might be more like public scrutiny to the work that we're doing. Do you feel comfortable navigating that as a committee? Um, if it were to occur comfortable with that, dealt with that as a principal before in the past. We we have members of our own staff that are not supportive of this. >> Yeah, I if if I could chime in, I would say and and partially because like we're not posted to have this
040conversation. So I would say that if if the board decides to provide that work to this committee then that would need to be part of that discussion next year and my best guidance would be to not make it a political document but instead make it a document of protections. I think sometimes what happens is school districts in their policy want to pontificate about their position on things and that's fine in say a um and I think we actually have one um a resolution that the board puts out there that's for pontification but in this case what I would say is there are a lot of things in our policy already that that are meant to protect all groups and so the the challenge in the work will be crosswalking those and then figuring out what
041needs to be added in order to ensure that there's clarity that this is a group of individuals who are included in that. So what I mean by that is we have you know this this team reworked our bullying policy you know so one of the ways that there is a challenge for protection for individuals that fall into this group is if they're being bullied right but that bullying policy applies to all of our students. Um, so rather than writing a second bullying policy specific to this group, what we would want the committee to do from my perspective is verify that the existing one is capable of including the group and in that protection for national origins extended now also to this group. or in if it's a separate policy that mirrors that one, make any
042call outs and references back to those other policies that are necessary and call out anything additional that needs to happen in order to make sure that we're properly and adequately providing those protections. So, that's that's my perspective. There may be people I mean there are probably people um in the community and very likely people on our staff that are anti-semitic but that doesn't mean just because they are that we say it's okay to be anti-semitic right like we still include those protections and um same thing with being racist right so um I I don't personally feel like any group of individuals is any different than any other group of individuals um but you know and I'm pretty pretty well queued into the board feeling very strongly about that as well. I don't know if that
043helps or not, but >> yeah. And and and again, I just want to add I'm not afraid to have the conversation. I'm not unsupportive of it. I I just think that it's it it's something to keep in mind, but I I like the way that you uh I like the way that you present it, Jay. I appreciate that. >> Yeah. Yeah. And I know you're not because I got to work with you through some things this year that clearly proved you're not afraid of much, James. So, thanks. >> Um, okay. The next thing to, sorry, Jay, we're really leaning on you. Um, Sophia has mentioned a number of times a student bill of rights, but I'm not quite sure beyond that what she's thinking. And so, if you know, maybe we can see if that's
044something we'd also like to recommend. >> I know. >> Sorry. I was gonna actually I'm wondering if it's a student bill of rights, I wonder if that would be something better suited for Kraton Kids Congress and actually have the kids write it. I I I don't disagree. Um and I think we may want to extend to more students beyond kids congress. Um I think we might have a student present who might want to have some or might have some interest in being a part of that. Um and so I do see an intersection with this committee and maybe it would be an offer for this committee to support a student group in their work to put together a student bill of rights. But um I would defer back to Amy for how she feels about
045that because this really sits pretty squarely in her wheelhouse and she's got more expertise than I do. >> That was very kind of you. Um however, I have never wrote a student's bill of rights, nor have I worked with children on a student's bill of rights. Um so I have no idea what that would look like. I believe Washington L did this and that's where the idea came from. And I am also pretty confident that their interim superintendent is a very good friend of mine and their new superintendent that's incoming is also a very good friend. So maybe we could stand up an opportunity for our students to interface with some of the students in that district. And if I have the district wrong, we can figure out which district it is and I'm sure
046we have connections there. So that that might be a good first step as well is to um connect up maybe this team and the kids congress with the folks who did the work um in that other district to find out what their process was like, what worked for them, what they would change if they were to do it again. Okay. >> Does that sound Does that work what I wrote down? Are there any other recommendations? Those were just the two that I've been have been mentioned to me. Is there anything else that you would like to see this committee work on? >> Okie do. I'm going to assume that we're good with that slide then. Um, it has been a long day. I apologize. So, we are filming this. Is that right? Okay. Are there
047any >> Sorry, you may not be able to see me nod, but yes, we are. >> Okay. Are there any people um in particular who would like to speak in that presentation? >> Do I need to speak? No, because they're going to be hearing a lot from me when I do my four progress monitoring board updates. Actually, I might have five. Um, two of which are combined, but um I can I'll be there. So, >> is there anybody else? >> Please don't make me do this by myself. >> I don't see it. >> If you need >> What's the date again? >> Recorded. So, we just would need to get the group together to record it. Um, >> and then the um, >> yeah, and then the like presentation itself is I think he said
048June 23rd. >> So, can I clarify when you say recorded, are you talking about we do like for example on our guardrails we do the voiceover presentations? >> Yes, >> I got you on that one. >> Okay. Does anybody else want to participate? Okay. So, Amy and I will get together and do that and then I can be there if you need. >> Okay. So, let me um or am I allowed to Hilda make a calendar invite for that day so that the people on the team know that we're attending or does that need to come from you? Is she still on here? >> All right. >> I believe she's on her cell phone. >> Okay. I will put it in the notes that we are going to send everybody the calendar invite for June
04923rd. Um, and then Jay, I put in my personal calendar, I put Abodaka attend late. So, do you know when that board meeting is going to actually start? >> Um, so if I remember correctly, that board meeting will start at 6:00 pm with the budget hearing and truth and taxation hearing. Typically those are 15 minutes >> and then um >> sorry Hold on. >> No. Can you guys hear me now? I was trying to take myself off of mute but I couldn't. >> Oh yeah. >> Uh I can't remember what you had asked me, Adria. >> No, no, you're good. We were just asking if you could send an calendar invite for the time that the um team should join if they're able to come to the June 23rd invite. I just wasn't sure if
050like if I was if I did it if it was going to mess up some rule because I'm reaching out to them. Um, >> no, you can send them a calendar invite, but are you guys going to get together to do a recording? >> Yes. >> Okay. And how many of you guys are going to be there >> for the presentation or for the recording? >> For the recording. >> Right now, I think it's just Amy and I. Okay, then that should be good. >> She could be there or should we keep it to two? Hilda, you tell us. >> Well, you guys should, you know, probably keep it to two to be on the safe side. Um, the only thing is, so you guys are going to record it, but you guys are going
051to also present it. >> No. Um, Jay just asked that people be there in case there are questions. >> Okay. Because this won't be under consent because it's Yeah, which what you missed earlier, Hilda, is I suggested that we could make the presentation shorter if the board had the recording in advance. Then the team could just do a summary overview and field questions rather than walking through all the slides. >> Okay. >> So, >> okay, then that that should be good. >> Okay. So, then we'll send everybody an invite. I'll go ahead and put the 6:00 p.m., but then in the description we can put like um likely to begin closer to 6:15. Um and then I think then does truly nobody else want to be on the video? That's fine. But I feel like
052if if it's just Amy and I, we can coordinate like the time that we would get this to Hilda. What day do you need it though, Hilda? Would it be the 18th or is it the 16th >> in order to get it in advance to them? >> It would be whatever that Wednesday is >> before the board meeting. >> Okay. And then you guys wouldn't go on until probably a little bit later than 6:15 because by the time we get through um the gold the sof goals and stuff. >> Okay, >> Amy, for right now I'm just putting that you and I will make sure to have the presentation done by the 15th. So I'm sending you an invite now. >> Um Okay, that sounds good. >> And then Hilda, you said like 6:30 about
053>> um maybe or later, but I mean if you want to play it safe and just put 6:30. >> Okay. >> I think there's a lot on the agenda for that night. I know that there are several guardrail presentations that are under the consent agenda, but it just depends of whether or not they pull them. I believe also believe there's like a progress monitoring update. So, um I don't know what else is on the docket yet, but I do think that's a pretty heavy one like the last meeting was as well. >> Yeah, it's go it's going to be a heavy one. And I just um Jay, would this would this this wouldn't go under the SOFG, right? It would be under the general. I I think it would be under general >> or educational
054services. I mean either way it would be after >> it would be after >> and reports and consent if anything gets pulled on consent. >> So um >> so whoever shows up just has to be prepared that they might be sitting there for a while. >> Yeah. And that and that genuinely mostly depends on the board really because like I think I think the presentation itself is likely to be about 45 minutes but depending on how many questions get fielded. >> Okay. >> Um Heather if you wouldn't mind if in um actually never mind. You probably don't want to put your address out there for everybody. Um, Hilda, I'm going to add you to the invite. If you could add her using uh like when when there's time to add her. >> Okay. And um
055and then also I don't think I have if you could also add Justin. >> Okay. So, I think I set it for 6:30 everybody. Hopefully that worked for you. Um, I will already be there. I actually am there too already. Um, I think that's it in terms of this. Um what might be helpful now is that if we can just quickly kind of brainstorm on our notes here about completed t um completed work. What are some of your um is there anything that comes to mind for each of you about like what we were doing this information? So for example um the police interview uh notification uh and the like the these two became separate procedure documents like I know that that's something um basically what are we highlighting like is there anything that comes
056to mind like like suspensions and expulsions I feel like we just We just like confirmed that it was like appropriate. There weren't like changes we made. Can anyone think of anything for those? >> What about the staff interviews and searches? >> What was what was your question again? So on these slides when you um when you look for each policy that we changed we gave one to two reasons things that we changed. So um like time compliance apparently or the expectations versus obedience. In this one we redefined bullying and expanded what harassment might look like. I'm wondering sorry some of this stuff was done quite some time ago. Is it something that we have to do in this meeting? Do we have to or can we work on it when we're not in this? I
057would have to go through personally each one to see like what were the major changes we shifted? >> Um yes. So I'm open to either thing. It felt like this was just going to be you and me doing it. So, I thought hopefully the team could share thoughts so we didn't you and I didn't have to go through every single policy. So, >> I'm wondering if people are not want like not recording if they would like to go through and add a few of those things and we have a complete date by this date so that we could write our script and record. So, then let's do that. So, here's all our completed. Um why don't we if you guys don't mind we just do like in the homework you like kind of look and
058see um what you're willing to kind of review and go through. Does that work for everybody? Everybody kind of takes something they'll review and add the highlights to the presentation. >> Yes. No. >> I think that seems fine. >> Okay. Um I don't care. So, I can take whatever's left. So, James or Evan, do you want to pick something or the It's really honestly it's James, Evan, Amy, and myself that I think have been consistently here for these meetings. So, one, two, three, four. I I was actually suggesting and James and Evan don't. I'm I'm virtual, so I was wondering if you guys would want to do just those. There's not too too many. And then we could just do the recording over it. Is that feasible? >> So what? >> I also understand I'm
059asking you this the last week of school. So I'm I'm not saying do it tomorrow. >> That was going to be one of my questions. When do you want it? And then the second question is is it just under the stuff under the completed work? Is that what you're saying? Or in the in the >> I forgot to change the chat tab. I think it would be like these ones would be I just grouped them like this. These two would be on one slide together and you're going to go through and just look to see like what were some changes and key points and there might not be. It might just be like no changes were needed. It aligned well to what we were doing. Um and then I think staff interviews and seizures is
060kind of its own thing. These interviews from outside stakeholders kind of the same thing. So they could be on a slide together. And then conduct is different from like the student activities >> just the stuff within >> um I mean for Evan but I'm I'm I'm happy to help. >> Yeah, same. I think as long as it's really clear which one which ones you want information about. I've >> That's what I'm trying to do. So I've got these spaces here and I'm going to put the name for the person who's going to work on them. So maybe pick the topic that feel you feel most comfortable with. >> I'm also happy to help record. I just can't be at that board meeting. We're already off contract by then or that's like our last day or
061something. >> Yeah, that's fine. >> I just can't commit myself to being there until all hours of the night on the first day of my summer vacation. >> No, you're good. No worries. >> Um I can take the first couple there. uh suspensions, expulsions. I don't know. I mean, I don't I don't want to I don't want to go through and like say, "Oh, I'll take one and Evan will take the rest." Um >> Okay. So, James, you got those two >> suspensions and expulsion. Yeah. >> You know what might be good, Evan? Oh, perfect. Okay. So, you got those two. >> Where where are you at? I see her. I see on the thing, but I'm looking at the document and I'm Oh, there you are. >> Good. >> Yeah. >> Ask a question.
062>> Yeah, please. >> Um, what is what is an instance in which um a police interview would a parent be getting a notification of a police interview or what is that? I don't understand what that means. >> So, there's kind of two times that the police might come to the school. we might have a concern in which we call the police and ask them to like come because maybe there was a threat made on campus and so we need to report it. Very very rare occasions the police will sometimes come to our school and say that they need to speak to somebody based on something that happened outside of the campus. These two policies primarily are just about like what documentation do the police officers need to provide? Um, how do we like document? If
063I'm getting really granular with you, uh, the Department of Child Safety, they have a certain number of hours in which if they were to take the student, um, that they basically get before we are required to notify. So, it's up to them to notify, but if they miss the like three-hour mark, the school notifies. Um, but the police interviews, we do notify the families that the police are there. Um and then families can come down or the administrators act as the Latin word for parent by proxy like parent in loai loai in parents >> in in loaris. >> Thank you. I never remember. Um so this is basically like these are the times that we will let them we also have like the department of child safety needs to say that there are like one
064of three categories in which they're speaking to that student. So, it has to be in regards to like a student's safety or well-being, the well-being of the sibling or um someone who lives in the home with them or a possible crime. And so, our paperwork says like if you can't say that it's those, we have the right to tell you no. So, that's kind of what those policies are. But, if you um click on them, you uh you can see kind of like where the changes and things are, whatot. So, these are kind of the unofficial ones because these were the edits that we've made, but they're also on the governing board. Um, I'm sorry, they're also on the Kraton website under governing board policy as they stand now. Um, last semester, a student in
065Charlotte's class made a threat against her about a gun. Um, and we received a call from the school. I missed it. My husband responded. Um there it involved a couple of other little girls and we really just got information like, "Oh, it's fine. There's no imminent threat." Um is that pretty much expected? Is that kind of all that parents of the um subject of the threat receive? >> Um it really So it's the investigation process is very like kept the same, but then depending on like what the different like avenues are, um you may get more or less information. Ultimately, we're always trying to stay within the guidelines of FURPA. And so, typically, I would say that like if it was a direct threat made to your student, you would then find out obviously more
066about it as opposed to like if your student heard a threat being made like at large. Um, you might just get the phone call or the email. Uh so that being said, you are asking about um what is more like procedural and so there are kind of like two parts to these policies and I apologize if you already know um there is like policy and they call them now regulations and so the policy is like the domain, the theory, the ideas behind it and then the um procedures are the regulations. Those are kind of like the rules. So it kind of tells us this is what the district or the governing board expects of the schools to ensure that they do. And then outside of policy are like those little by little steps. So how
067many kids will you interview? At what point do you call the police? Those technically won't be in the policy. Those are like more granular outside in the work of like the employees that are doing it. Does that make sense? Okay. Um but yeah, these for sure will give you our like general broad And sorry, one last thing. Um, what happens behind the scenes that parents aren't usually familiar with is we also have kind of like a threat staircase almost. And so there might fall along there. So you might see like a student made a threat, but what you would not be made aware of is that it qualified for like a threat assessment and then like the level of threat assessment and then as we move forward like who is determining like the level of
068risk and whatnot. That stuff would happen for the individual students. So that typically doesn't go go out to families. >> Um our family was not es especially concerned. We knew this this was a situation that the student's family life was very troubled. But there are other families in this situation who felt like there was no information given. they felt very um unsafe and I don't know if there's a way to without violating FERA to kind of um I don't know what's the word um kind of mention the threat assessment um in a way that is vague enough to protect the students safety but also let them know that something step by step is happening and they just they were very frustrated with the situation very scared >> I think if uh this is my best
069guess and I maybe should reflect or Mr. Man go ahead and step in. My wondering is it sounds like there was like a gap in communication and so uh Emily Wazalik is our um like director of communications and whatnot. And so she often helps us like draft our emails or like get all the information out. So, what we could do is we could um and I'm happy to do it, but we can shoot her an email and ask if there is kind of like some template work she could make to give a very broad because you're basically asking maybe we should have told you what I just said is what I'm gathering. Okay. So then um we can always ask her to include that in like the template in whatever way she thinks is most
070appropriate because I definitely am not I'm not the PR person here probably for a reason. But I can definitely send her that email. >> Yeah. And often she'll consult like when we've had some situations I know she's done a really good job of creating you know ensuring that that outline is clear and is included but we can absolutely talk about process but we can't where we typically get sideways is people want to know what the other students discipline is and they won't be satisfied without knowing it and um or what the reasoning or cause is and I've you know I I was a pio in a in my prior district And you know, like sometimes like these students have IEPs, like there's all these different things that really limit our ability um to share this
071information. And so it's as long as people are reasonable, like here's our process. This is what we can tell you and trust us, we're following our process, we're okay. Um it's when people are really demanding, I need to know who this kid is, what was happening with them, and what the consequences were. That's usually where we run a foul of this. But I think your point is well taken that we should probably do a like when Emily gets involved that gets very clear from my perspective but we may want to systematize that with a template like Adriana was mentioning. >> Okay. So I think that I put a deadline for when we have to be done with this and then um we have time with the leadership seminar for uh James and uh Evan and
072Amy. So, we could maybe just kind of like make sure we've like finalized what this template should look like and then schedule the time then. Um, and then Mr. Man, if you know if there's any work time being provided, maybe that's something that like our team can kind of work through during those few of days. >> Yeah, I think I think there is an intention of having some work time. I'm not sure of the specifics of it. I should know more after tomorrow because I'm meeting with the team tomorrow to take a look at that. um schedule. >> Okay. Um >> and just to clarify the what Evan and I are doing, we're going through these policies highlighting the changes uh for the slides. Correct. >> Yes. So I think like so let me am
073I on the let me share this stuff instead. So, for example, um you would put suspensions and expulsions in 33. You would basically put those there without the bullets. Um these are the that's the topic you're talking about. And then you would put your highlights here. >> Okay. And then the same thing here. So, um, why don't I do this? I'm just going to delete the ones that you don't need. Some blank ones for everybody. Does that work? >> Perfect. Thank you. >> No problem. Um, all right. So, so with that, the governing board presentation is planned. We still have a half hour. Um, would you guys like to go over any of these policies right now? Or do we want to say the likelihood that we'll be able to follow up and finish doesn't
074feel great? Um, and so that we just make these like the first of the next year, >> the second one. >> I kind of feel the same way. Um, does that work for everybody? >> Yeah, that sounds great. >> Okay. So then, um, the meeting schedule, Mr. Man, I don't know. I mean, this would end up being like, let's plan for next year. Do do we want people to provide like general information like I'm better with the every other Tuesday like we used to do or do we want to just say like we are >> I think it doesn't hurt to kind of get a sense from people like what will fit their schedule and then what we could do is based on that information um produce a draft calendar for next year and just
075push it out to the group to review. >> Okay. >> And the governing board um does have to take action again to continue this committee. So they will do that at their first board meeting in August. >> Is it a good idea that we plan ahead before the governing board takes action? I your guys's guess is as good as mine. I was not so much thinking about dates, but just being like in general um we meet on Tuesdays, but I'm happy to wait. >> Yeah. Yeah, I mean the only the only upside to doing it now would be um sometimes the beginning of the year it's really difficult to get something like that organized but it would be wasted effort if the board chooses not to continue the committee. I find that not a high
076likelihood but there's always the possibility. Um well what if we do this we so Heather that you know what we tried to do was it was like uh the leaders not leadership the governing board meetings are on Tuesdays so we initially had started with like this group also being a Tuesday group it didn't quite work out for us um this year because we started a little bit later but are Tuesdays good for everybody? Would it be at 4:30 again? >> Yeah. And we to and that was the other thing. We used to meet in person. So I think like that maybe is the first question. Are we all good with 4:30 as a virtual meeting? >> I would like to keep it virtual and 4:30 is fine. >> Okay. My schedule is never the same.
077So if I get it blocked out early enough, I can make it work. The the main thing for Evan and I are sports again. Really? >> Okay. Um, >> could you do Wednesdays then you wouldn't have any sports games competing? >> Because I'll be honest with you, I'm not doing Fridays at 4:30. No. Can I reach out to you guys just because I really don't know what Jay's calendar looks like right now because we haven't calendarized it. >> I think I was wondering too, Hilda, do you just want to do There's no way that I think any of the administrators will have the like brain power to jump into this work in August. Do you just want to do maybe the like middle September whatever the middle September date will be between your guys's um
078governing board meetings and then we'll just start from there. >> Yeah, that's fine because um you know once the board takes action that they do want to continue um I'll reach out with you guys with some dates and we can kind of go from there. >> Okay, that works for me. >> Sounds like a good plan. Okay. Um All right, then. Um Okay, I'm sharing the right one. All right, so got that together. Are there any um questions or anything for the good of the order before we adjourn? We do. So with that, could I get a motion to adjourn today's meeting? >> Motion to adjourn today's meeting. Okay, >> I heard heard James is a second. All those in favor? >> I >> Great, everybody. Thank you so much. Um, >> thank you all.
079>> Heather, do you want to stay on? Do you hear max?
