001We are going to go ahead and get started. Um, I have never led this meeting so please bear with me. Um, Hilda, can you or someone please help clarify? >> Do you have a copy of the agenda that I sent? >> I do have >> You'll just kind of follow that. You know, call the meeting to order. You know, you can make a motion to um begin the meeting. >> Okay. >> Um, I'd like to make a motion to go ahead and begin the meeting. Anyone second? >> And you know what? You just call it to order and then you need to make the motion to approve the agenda. I'm sorry, I misspoke. [snorts] >> Listen, we're learning to get I'm I'm learning. [laughter] I'd like to call to order the meeting. I'd like to

002make a motion to approve the agenda. [snorts] All those in favor? >> I um any nays? >> All right, then we'll go ahead and get started. Um so our work for today is to really be focusing on um I'm going to go ahead and share my screen. All right, >> Amy. Um, just to kind of go back just because um, we didn't do um, like who who's here, who's present. >> Okay. >> And then also, we need to just to see if there was any public comment submitted, which there wasn't, but we still need to follow the agenda. >> Thank you. Um, so I am here. Um, Evan Johnson is here. Justin Campbell is here. Do we need to each say our names? >> Um, no. You can just >> Well, the Wararez is here

003and J man is here in this meeting. Um, are there any public comments? >> Um, there are not. >> Okay. Having said that, are we okay to go ahead and start the meeting looking at our agenda? >> All right. Um so we some of the work we have um selected for us is we have our agenda here. We've got our completed policies and our sample trust forms. Um, ideally what we were looking for today because I believe we already did the police and DCS calls updates. We're going to be bringing that to assistant principles so that they have those forms and shared either in leadership council so that principles and assistant principles have them or in separate meetings as well as the interview by DCS form. It's already been approved um by the lawyers and

004vetted so it should be good to go. we just need to roll it out to site leadership. Um so in today's meeting we are going to look at three different sections. The first one is review the new policy of student conduct. There were a lot of comments on this one 5-305A student conduct- student code of conduct. Am I okay to just open that one and start sharing it? [snorts] Do we want to take a few minutes to read through this first? Um or are we okay to start reviewing all of the comments? Evan, what would you prefer to do? Do you would you like a few minutes to read this one? >> I've read it already. I'm okay to get started if if everybody else is ready to >> see it on your screen. Amy,

005you're only sharing the agenda. >> Yep. >> It's very weird. I can't toggle like I need to figure out how to how to work this. Justin, would you like us a few minutes to read through it or would you prefer that we um go ahead and just get started? >> I would say to go ahead and just get started. >> Okay. Um so I think because we all read this, we can go ahead and just start looking at the comments on the side. Are we okay with that? Okay. It's weird like talking virtually, but because I don't see you on my screen, I just see um the procedures code of conducts. [clears throat] Um so the first comment we have is under line 15 about harassment. >> So we still see that Amy, we still

006only see the agenda. >> Okay. I mean, I can see it on my own computer, but I don't know. It might help if we could all see it. >> Well, I did share whole screen. So, let's try this again. >> I want to do >> Hey, go ahead and try that. You have a MacBook, right? Is that correct? >> Yeah, I'm doing entire screen and then share. >> That's correct. Here we go. >> Is that better? >> Uh, it says picture and pictures open. You got to go back to the document. There you go. Okay, better. >> Sounds great. >> Okay, thank you. I'm learning all these tricks. Um, so we're on line 15. Thank you, Evan, for letting me know that I wasn't sharing it. Um, about harassment. Um, do you want to take

00715 seconds to read through that and then we can look at the comment? Um, bless you. >> Sorry. So, in regards to this one, um the first comment is actually by me and what I put in there is that should anything be included in here in regards to pictures, videos or social media? I know we cover social media in um later on, but I didn't know if there should be something in here specifically under harassment. I think it's under bullying if I remember correctly. What was everyone's thoughts? >> Can you hear me? >> Yeah, we can hear you. >> Okay. [snorts] >> I could I could see including that in there because it does like list some other like methods for the harassment. I could see adding like harassment also includes and then it has

008that list like it could potentially say something about like pictures, videos and social media. >> Okay. I just wasn't quite sure where to add that. >> Yeah. So it includes sexual innuendos, unsolicited and unwelcome conduct that has sexual overtones or continuing to express sexual or social interest after being informed that the interest unwelcomed. could we put in there like this includes but not limited to pictures, videos and social media or >> I think a definition of informed might also need to be put in there >> because nonfurbal um informant is also you know should also be respected but I I I could also see someone bending the rule if they get there like, well, it wasn't informed. >> Okay. So, let's can we tackle the first one and then we can talk about informed? >>

009Yeah. >> Okay. So, it says harassment may also include includes were jokes. Would that be an appropriate spot to put like pictures, videos or social media? Actions, jokes, pictures. I think [clears throat] actions, jokes. Then you would say what? Pictures, videos or social media or comments based upon individual identity? >> Yeah. I think that would make sense makes sense to me that it would be there. >> So when I do that remind me I put it in here and then I highlight the text in a different color. >> Yeah. >> Is that correct? >> Yes. We've been putting anything we add in I think she puts them in blue or something. >> Okay. and tell me more Justin what you are thinking there like what wording we could use >> unwelcome and >> I don't

010really have a suggestion for what it should say I just know that um that word is Um, it can be subjective. So, I was just thinking that if it had a little more definition, then it might be better for the purposes, >> but I also was just saying it to see what you all's thoughts were. >> I I completely understand what you're saying. I just am not sure how to word it. >> Yeah, I get it, too. Like cuz it does I could see your point like if if the other person doesn't explicitly inform that that is unwelcome like is that less of a an offense? But I'm not Yeah, I'm not sure what else you could put there. >> Maybe [clears throat] if you add verbal and nonverbal. >> That could be a simple

011change and then maybe we don't spend too much time there. But just adding that little piece. How does that sound? Well, it says or social interest after being informed verbally or non-verbally. >> Yeah, that that works. >> Okay. So, I'm just going to highlight all of that in blue. Um the only other question that I just after rereading this really quickly is that um here where it says harassment also includes nonsexually oriented conduct. We were talking about this in my mind pictures, videos or social media. I was thinking that it might fall in like this category up here. But if it's listed here, I just want it to be fully covered because I was thinking of unwanted solicited pictures that students might receive or adults might receive or this is another student in conduct that

012adults might receive um or pictures or links to things. That was my only concern. But I guess does it is it covered under both areas? Do you mean like maybe adding it to like here where it says verbal abuse that insults or it also includes sexual unsolicitive welcome conduct that you would include it up there? >> That's what I'm >> I just want to make sure it's covered in both areas. >> Do you see what I'm saying? >> Yeah. >> Because right now it's listed under nonsexually oriented conduct. So maybe after like unwelcome conduct you might put unwelcome conduct pictures, videos, social media that has >> well so it says harassment. A student shall not harass another person. Harassment includes but not limited to verbal abuse that insults or humiliates others. It also includes sexual

013innuendos, unsolicited or unwelcome conduct that has sexual overtones. That's where I'm wondering if it should go there because I just wanted to encompass those things. >> Does that make sense? I mean, honestly, it fits both places. >> Yeah, it does. >> Yeah, I could see putting it at the top. Harassment includes but is not limited to Maybe it goes there. Harassment includes but is not limited to verbal abuse that insults or humiliate others because it's not only verbal, right? Like it could be verbal. >> What's your list? Pictures, video. >> You're sending explicit bonus to someone that is very unwanted. Or maybe it's covered in both. It's having it there covers both areas. I don't know. Am I thinking too much about it? >> I have a question. Um, how possible is it to use

014AI in this process or is that frowned upon? I don't think it's frowned upon. I just I know that the policy we would don't want to change too too much. Maybe that's because of the way that it's wrote. I don't I don't know. Hilda or Jay, can you chime into that? >> I I think that's a Jay question. >> Yeah. Yeah. Would you would you mind repeating the question, Justin, because I kind of got lost partway through it. >> So, there there are some um it seems like a lot of the dialect thus far has been about how to word certain things. And I know for for me if I type in my thoughts [snorts] >> how the message I'm trying to convey and I can put things like >> um you know don't change

015the verbiage too much or keep it as close to this as possible but add something that addresses this point then AI um a lot of you know is it modifies it to a point where um I don't have to struggle with the thought of like how do you word this because really this is kind of like lawyer jargon in a sense >> right um assuming none of us are trained in that area like that. So, we're kind of struggling through something that none of us have been commissioned to do. And so, my question was um you know, how like is using AI to write or to help uh conjure up how to verbalize some of these thoughts is that frowned upon or is that something that we can do within this process? >> Yeah, I

016can't think of any reason why it would be restricted or frowned upon because it wouldn't carry any sort of copyright. Um, and so it's certainly an option. Another option would be, you know, typically we try to give suggested verbiage, but you could also try to articulate the the change or the adjustment you're looking for, and you know, I could pass it on to um our board's attorney and say, "Hey, this is what they're trying to accomplish is can you take a swing at, you know, integrating that into this language here?" because the the other challenge that sometimes crops up is the [clears throat] current policy manual. So, one of the things that we're working on as a district is to go through a policy diet to try to have as minimal of policies as possible

017while still, you know, meeting all of the requirements. When we shifted to the trust policy manual, it is very lean. So, it it in most places is specific to statute. So anytime we add something, we potentially could put ourselves either in violation of statute or there may be interaction or interfacing with another statute. So like I completely on board with pictures, videos, social media. I mean I know um I won't speak to incidents that have happened in our school, but I remember in my son's high school there was an issue where kids were sticking cell phones under the restroom stalls, right? So, you know, there those things are all valid potential harassment issues. Um, what I don't know is if then we're interfacing with any sort of other statute um related to, and that's probably

018a bad example. A better example would be like with social media, there may be statutes specific to social media bullying. There may even be another policy related to social media use that might interface with this. And so then we would need that cross reference. So, um, that that would be another option. Um, I think best would be to try to articulate it and then have them check it. But if we're struggling to articulate it, we could either try to use AI to articulate it and then still have them review it, or we could even just try to capture our thoughts and ask them to please draft something for us. So, hopefully that made sense. Well, I'm wondering, Jay, because we did put that down here at the bottom where it talks about um the part

019about pictures, videos, or social media because it's down here in the nonsexually. Do you think we also need to put it up here in the other part uh under sexual harassment or do you think it's just it covers everything? um it would only cover everything if it's in a section that refers to all of the subcategories. Does that make sense? So if like if at the top it's like here's all the things about harassment and then these are the various areas of harassment and at the top it says or even at the bottom it says for all of these areas but if it's like you know number 18 in a list of things or it's only embedded in obscenity and vulgarity it wouldn't necessarily then also affect harassment. >> Okay. So then how about we

020put not limited to and we can just add that um part right there and repeat the same three words where it's like pictures, videos, Maybe we don't do social media. We just do pictures, videos. >> And then it goes into verbal abuse and insults that humiliates others. >> Yeah. I I would probably keep it consistent and keep social media because I think >> I mean you one of the most heartbreaking things that I that I see happening in in the education space these days is when um people are sexually harassed through social media, right? Like kids post fake, you know, social media posts for another student, you know, related to their relationships or those types of things. That seems to be one of the ways and it's kind of a bullying piece, but it it

021really also falls under harassment as well. >> Okay. So, I'm just going to highlight that part there and then I think we're okay on this section. Is everyone okay with it? >> I think so. >> Okay. And then I'm just going to check it off. Is that correct? >> Yeah. All right. So, the next one is under section um 16. Evan, do you want to speak to it? >> Yeah. I just um I don't know to be perfectly honest, my mind is like deep in the Aella train and so reading these policies last night, I was like, I don't know what I am reading. Um, but I saw this one about dress codes and I know that um when we opened LCQ last year, we got our dress code policy from TCA because they're also

022a school that does not have uniforms. >> Was unsure if we had one like blanket like are there some district um common dress codes or do all the schools kind of have their own? because some schools have uniforms for the whole grades, some only have I know Gateway doesn't do uniforms for middle school. I know like disseminates, but I wasn't sure if there were some commonalities between the schools that we needed to ensure that this was a part of. >> I I can probably inform on that. Um what you described, Devin, is accurate to the best of my knowledge at this time. We have two schools without uniforms which are TCA and LCK. And um and then we have Gateway who has done away with uniforms for their middle school. So we fundamentally have three

023different models. We have um you know because we're unique. So we have we have six schools that have uniform policies. We have two schools that have address code that doesn't require uniforms and then we have one school where for the K I think it's K5 and then 68 um are differentiated one the lower grades having uniforms and the upper grades not having uniforms. We did also as a committee last year, maybe it was first semester this year, I can't remember, but um we did make a recommendation to the board on changes to the dress code policy. And those those changes to the district-wide dress code policy included setting up a system um to require each school to review their policy every so often. So that way, you know, just because you have a dress code

024doesn't mean it's or sorry, just because you have a uniform requirement doesn't mean it stays that way forever. You have to go back and kind of reaffirm it at some point. >> Okay. >> I think it was every five years if I remember, but please don't hold me to that. >> Okay. Um, and then I'll I'll say too, um, at my prior school, we created a what we called a dress down policy. Um, >> where it just it wasn't based upon gender, it was just like tops and bottoms. So, it kept it very clean, >> like free dress days or whatever. >> So, that way like there were expectations and it was very similar to the uniform except it didn't specify color. didn't specify like it had to be but it had to fit like

025a a certain it had to be a certain length. Um it had to you know like ripped and torn and and things like that. No obscene gestures, no drugs or alcohol related or paraphernalia. That type of stuff was all included but it it and then um but that was just for our site. >> Okay. Um, so does that kind of make it clear as mud? >> Yeah, sure. No, that that's kind of what I thought. I just wanted to make sure. >> Okay. So, right. So, I'm going to check this one off. So, there's nothing to be changed on it. Um, so I just had a a question when I read number 19 because it's like right, we don't gamble at school. So students shall not engage in any game or activity that involves the

026element of risk, chance, or the intention that property or money will be exchanged on the outcome of the game or activity unless and this was when I saw unless I was like wait what? Unless the activity is otherwise lawful and properly supervised and has been received and has received the express approval of the school principal. Sorry, my it's 5:00 and so my words are not with me, but I was like, um, what would be an example of an approved activity? Or could we just end this at outcome of the gamer activity? >> Well, the ra a raffle would be like an example of a gamer activity. >> Okay, thank you for clarifying though. >> Oh, okay. Yeah, I think this just goes into like, you know, there is a crime of gambling and so you

027can only gamble in authorized locations. So, yeah, that's all this is. And I know it sounds stupid, but there's all these versions like the definition of what this could be is so many things. So, >> okay, >> I still think we should leave that sentence in there probably. >> Okay, that's fine. I was just like, what would be an example of approve an approved activity? >> School carnival cakewalk. >> Okay. Oh, yes. That's a good one, too. >> I would never have thought of that as a gamble. So, okay. Um, number 22 talks about emergency alarms and fire control devices. My only thought about that is what about students that intentionally dial 911 and hang up? Well, >> what does it say currently? >> A student shall not activate or use any fire alarm or

028emergency control device unless the student reasonably believes that an emergency exists justifying the use of this device. Well, I mean, it's already outlining that they shouldn't do it unless they reasonably believe. So, I mean, other than then, I think you would just follow whatever protocol you already have for whatever that progressive dis I forget what you what it's called. >> The progress progression. >> Yeah, it'd be like any other uh infraction, you know. >> Okay, then I'll check that one. Um, I think I was really getting into this one a lot with the weeds because I think a lot of these comments are mine. Um, number 26, it lists tobacco, cigarettes, vaping. A student shall not possess or use tobacco, cigarettes, ecigarettes, a vaping device, inhalent product, or any nicotine product matches or lighters. Um,

029and I just said it here. It discusses vaping. And then I also realized I not did not type but correctly. There are also vape pens with flavored water and marijuana vape pens, but now rereading it again, it talks about a vaping device. So I think it covers it all. >> Yes. And marijuana is dealt with in like a whole separate section. >> Okay. Um, number 30. This one was talking about cellular telephone and other wireless communication devices. Um, and I guess this is just a clarification on it for me. It says, "A student shall not use the cellular telephone or other electronic wireless communication device during the school day, including meals." Never mind, I'm rereading it. It means breakfast or lunch. Amy, >> like listen, you saw it's December 12th. This is why right before

030break, so when I did this. So bear with me. We're just going to pass bypass that one. >> Um, number 33 here is where it talks about inappropriate use of technology. >> Um, it says a student shall not use district computers. I was wondering if we should change that word to device because our students use iPads. >> Yeah, I think that's appropriate. >> Okay. So, should I strike through that and then just put device? Yeah, usually we do like a track changes thing so that it keeps whatever was old and the new so that um well it's not just anymore, but our attorney can see what what it was and what we're changing it to. >> I'm sorry. >> No, I'm like I don't know how to put like to do this on here. Evan,

031do you know how to do it? >> Um I could try. >> Okay. Otherwise, I can do a strike through and then just put I don't know how to do the track changes because I was I can we can strike through it and I can highlight it blue and put the strike through on computers. >> Maybe let's start with that and then if I can figure out the track changes, we'll add it. >> We we can we can do that for now. We we've sent stuff to the attorneys that way before as well. >> Is this not strike through? Nope. Clear formatting text. Just kidding. It's late. There we go. Um, the only other thing I was wondering on here is remember I did this December 12th, maybe I need to reread it again, was

032um, is anything should be included about using another person's device as well, which has happened. a student will intentionally use another person's device to do something inappropriate on that device. >> I think the way to word that would be like unauthorized use of a device. >> Okay. So it says uh student shall not make or attempt unauthorized access to any district information system. Justin or Evan, do you see where it would be appropriate to add this? And just so you know, that is my dog snoring in the background. That is not me. >> You know, I was going to ask if that was if you were feeling >> right over there. >> That is my um I have two dogs and they're both very old, so they literally just like eat and sleep. So, but

033then they also don't like to be alone. So, if you're home, they're going to come whatever room you're in. As soon like he's literally right under my feet. So, he's getting very loud. Uh, couldn't you just put Yeah, I think right there is fine where you have it highlighted in blue. Um, but the the suggestion of the unauthorized use of device, I'm trying to figure out how to word that. Um, but your question wasn't how to word, it was where to put it. I think just to answer that directly, I think right there is just fine. Shall not use district and then maybe in parentheses or unauthorized. >> I could see that a student shall not use district devices or unauthorized devices, network or other technology to post. And >> you could just make it

034much simpler. I I'm sorry. You could just say, "Students shall not engage in unauthorized use of any district device." >> There we go. >> Say that one more time. >> Students shall not engage in unauthorized use of any district device. >> A student shall not engage in any unauthorized >> unauthorized Yeah. use of a district device. Am I capturing everything or does someone else want to do the edit? I'm sorry I'm driving right now. So that's why I'm just kind of >> I think >> student shall not engage in any unauthorized use of the device network or other technology to post. >> Okay. Okay. I think that's that encompasses all of it. So I'm going to check that stuff off. All right. That's all of that one. So, can we add it to um 5-305

035on our agenda as under completed work? >> Is that a >> I think so. [snorts] >> What is this one called? student conduct dash student code of conduct. All right. So then our next one we were supposed to look at was um five- 212 student clubs and activities. Right, I'm going to close this one out. Are we ready to jump into the next one, team? >> Yes. >> All right. Um, so Evan, do you want to take it away? >> Sure. This one was rough for me. I really struggled reading this one. >> Same. >> I like I read it so many different days and came back and I just made these comments this afternoon because it was the first time I read it and I was like, I think I get what it says.

036Um, I don't know. I was just reading about these curricular student groups and how they have to or they tied to like things that kids could receive academic credits for. And I just was wondering is that even something that we have >> to receive that credit from a club that meets after school or not during instructional time? >> I actually had that same question. I almost wondered if this was like a policy that was more row for high school. >> Yeah, it's defin it's so there are quite a few because all education policies are kind of K12. There are a few that we have where they're kind of a little disconnected because we don't operate a high school and this definitely seems high school oriented. Um the only place I could really think of that

037it might interface with us is um there's been some talk about you know things like uh bringing in some CTE coursework but we might not have time for it during the school day. So, it's possible we we could stand up afterchool CTE courses, but the problem is I still don't think this applies because we don't do like academic credit really is a >> phrase that working with credits and not classroom hours is different. >> Yep. Yeah. Exactly. So, it's probably kind of meaningless to us. We could try and rem, you know, we could just try not having it, but it's really doing no significant harm being here. And on the off chance at some point we because technically we can offer up to 9th grade. I don't see us doing that but there there could

038be a circumstance with some sort of maybe special education program or something where where that could come into play. >> So can I make a recommendation about how about we kind of just look at any of the comments and if we really don't have a lot of questions about it or concerns about it, we leave it as is because it really doesn't relate to us. So, why spend a significant amount of time changing a policy that doesn't or going through a fine tooth comb for a policy that doesn't really relate to us? >> I could see that. And then like if if it does come into play, like we do have those nth graders and we're going to do this and we could always revisit like later. >> 100%. >> Sorry, I haven't had a

039chance to look at this one. Does this solely address student clubs and activities with regard to to like after school credit or is there other stuff with regard to student clubs and activities? >> There there is other stuff with it that we we can read through but the majority of it has to do with like credit and um what is extracurricular activity versus curricular activity. >> Oh, okay. >> That's why I think everyone was saying she had to read this three times. I know. I read it back in December and I was like, I don't even know what this says. And so I looked >> where did this did we have a do we have a policy before that like had to do with student clubs that was different than >> I don't know Jay

040>> as I recall it was very similar to this and it also was one of those ones where like 60% or more of it really referred to high school. >> Okay. Okay. So then my question is we need a policy that addresses what are your >> so what it can what >> you're really breaking up at least on my end >> sorry okay do we need a policy that actually address you hear me now Yes. >> Hello. Okay. So, do we need a policy that actually addresses clubs and activities on our campuses that's se that's different from what this is addressing? >> Well, I think there's two parts of this. The like the the bulk of it talks about like extracurricular versus curricular activities. >> The title of this number. >> Yeah. So I think

041if we can like maybe we like the curricular um one is where they receive ex um academic credit but the extracurricular student group if I remember correctly that's for wait. Do we want to just look through it and see what um it says and then if we can make any changes and then maybe we need to look at something for that's different student clubs and activities or maybe it does live somewhere else. >> Or we could even like if you look at it and say hm this doesn't really apply to us because we're a KA. We could just send it to the attorney with a note that says are we clean just eliminating this policy since we don't operate high schools. >> Yeah. I guess my question was of we have clubs and activities on

042our campuses. This may not be the vehicle that we want. Can we just create our own vehicle that's a policy regarding clubs and activities on our campuses? And if so, if we're creating that from scratch or starting from a starting point with the parts of this that apply, what else would we need in there? What are the areas that you see would need to be addressed in such a policy? And it may also be covered in other existing policies like junior ambassadors for example do out of state travel but we have a policy that covers that for students already. I'm just kind of glancing through this as well. Um, sorry I was scrolling through that um quickly. I'm almost feel like it would be better if we not that I want to do that. Um,

043but is get rid of the parts that are completely not uh related to what we do. Do we have policy that exists somewhere that already discusses [clears throat] how one goes about establishing a student club or activity on a campus? And then once it's established, you know, do you have to have a do you have to have a sponsor? Like I'm asking about this kind of thing because that's more what I'm thinking this would have been on the along the lines of and like I said, I'm driving. I can't see the curricular or the extracurricular section, but that's where my mind is going. We sh probably should have a policy about clubs, but it needs to be specific to what exists in our district. >> Yeah, that is in the extracurricular section. It talks about

044requiring a sponsor and all of those things. Okay, then I don't see why we just don't take that part about the curricular stuff and yeah, send a note to the attorney and ask, can we just scratch this? Well, some of these are just definitions up in up in the top, so I don't know if that needs to be left up there or not. >> I know one of the things this group has done in the past is add definitions to policies just so it's clear for the people reading it. So, it might be worth keeping them in there. >> Okay. So, we're talking about removing all of this part where it talks about curricular and extracurricular student groups. Correct? >> Am I correct? And that's what people are saying. >> Yeah. >> Okay. So, I'm

045just going to do the strike through >> immediately. I did find out if you go to like the top bar where it has the pencil and it says editing. If you change it to say suggesting, then it's supposed to do the Okay. All extracurricular student groups. all of this gets deleted or >> am I okay to just continue with the striketh through for right now? >> Yeah. Are you guys okay with that? >> I think so. Okay. So now this starts talking about non-curricular student groups. So, >> I would say if there's just like anything in the definitions that seem like it's only applicable to that curricular section, then there would be a reason to maybe get rid of it, but I just don't know what it is. >> Well, this is talking about like

046non-curricular student groups. So, this isn't like credit recovery or anything like that. This is talking about like non um student groups. So, um I'm thinking at my daughter's high school, there's a group that will um they gather like in the morning to say a prayer and it's studentled. It occurs on non-instructional times before school. Um I honestly don't know if they have a teacher that facilitates that or not. This is just talking about how they must have like it need to occur non-instructional time. They need to have a faculty adviser who supervises the meetings and activities. Um they have equal access to the school facilities. Um Adriana wanted to know is how do we define student led and student initiated >> thoughts? You guys hear me? >> Yep. >> Okay. >> I would say isn't

047like we have a I don't know. I'm trying to think of an example. We had some kids last year at Kennedy who really really wanted to have like a no littering club and they like posters and they tried to get kids to sign up. I would have said that was like a student initiated club. They tried real hard. They couldn't get any signups. But if they did that would have been like a student initiated club but like studentled like I could have said the school wants to have after school. >> How adorable. could like if they could sign up that way. I would say >> I mean do we need to define it or I for me like student initiated the student initiates it that that says it to me. So are we okay to

048just check that? >> I'm okay with it. I also like maybe I'm taking back my okay with the crossout of the extracurriculars because we do have extracurricular clubs don't we? So when it defines it here in the policy up here, extracurricular is a student group means a student organization that is directly supported and sponsored by the district and whose activities directly relate to the classes for which students receive credit towards graduation. >> Okay? But they don't get credit. It just relates to them, right? So like wouldn't an afterchool tutoring club for math be an extracurricular club because it relates to our district goals for math improvement. So maybe I'm not reading this correctly. So it directly relates to classes for which students Oh, for the So they're not getting I see what you're saying. >>

049They're not getting credit for their extracurricular activities. So it's like 21st century. They're getting the tutoring or whatever or the science club. It it's related to those classes where they get >> grades. Is that is that what it's saying? I that's what I think of saying. >> Yeah, I thought we were leaving in the extra. Okay. I don't know. >> I think we're only I think we're only h like crossing through the the curricular groups. >> Okay. Good catch. Then the non-curriculars would be your >> like any of your 21st century classes, right? >> Yeah. Because they're not student initiated. They're >> Well, if they're like science club or math club, those don't have to be student initiated necessarily. If something's been around forever and you can't remember who even started it, it'd be hard

050to say what it is. >> Yeah. >> But it wouldn't fit under non-curricular. No. I'm just going to check that one off because we crossed that part off. What did that cover what you were saying? >> Yes, I think so. >> Okay. >> Um, so I think we missed one. We're here. Adriana says, "What do we define as an employee? Will this impact funding rules?" When it talks about faculty advisor versus faculty sponsor Oh, I think she's referring to because some of the clubs like some of the 21st century clubs, even Kennedy has a club this year after school that it's an outside person like the um the mad science people or the people who run that like STEM Lego club. So you may be what she's referring to because these say that they are

051an employee of the district. >> I'm sorry, say that last part. >> So is I'm I'm wondering if she's saying because these two say that the faculty like advisers or sponsors are employees of the district and those companies are contractors, not employees. Well, I think the difference between faculty advisor, it's an employee of the district who's charged with supervising ensuring the conduct of non-curricular student group while faculty sponsor is related to curricular or andor extracurricular. >> Right. But she's wondering about the employee aspect of that because both of them say it's an employee of the district who's doing that. So if it's not an employee who's doing those things, if it's the person from Mad Science or from from Lego or the sports something something >> skate after school >> after school. >> So I

052I'm not sure I understand how it would impact funding rules. So, in order to have like Skate After School or Mad Science or Stixs or any of those others, the site has to be able to pay for them. Um, and there like regardless of any of those things, there has to be like someone on campus. You can't just leave, at least that's always been my understanding, you can't just leave um, >> right? I think if these definitions are used to determine so like in the what a club needs one of the requirements might be a faculty advisor or faculty sponsor for for an afterchool activity. So if that's definitionally a requirement and the definition of that is an employee then it would prevent you from paying an outside agency to perform that function I think

053is what her concern is. So I don't know in the in the area of the policy where this is used if it already has language that also allows for you know a contracted partner or something like that to serve in the role of advisor or sponsor because we could have faculty adviser and non-faculty adviser, faculty sponsor and non-faculty sponsor. So are you thinking we would add faculty like non-faculty sponsor and non-faculty advisor to this >> potentially and then include them in the list of like where there's a requirement to have one of these. It would be an order statement between the two. >> Say that last part again. I'm sorry. >> In the portion of the policy that requires the club or extracurricular activity or non-curricular activity. >> Okay. >> To have a faculty adviser

054or faculty sponsor, we would also change that to say, let's say it used faculty advisor, we change it to say faculty advisor or non-faculty advisor. Okay, I'm just adding those what you said was like non-faculty sponsor so that I [snorts] would need to add and define what those mean. I'm going to highlight those in just pink so that we know that we need to do that. And then I'm going to scroll down to what you were saying Jay and add that there so that we don't lose it. >> So what you're saying is here under faculty advisor put faculty advisornon faculty advisor. >> Yeah. Okay. It might get loud in here because both dogs are in here snoring now. >> And then where it says faculty advisors below that, Amy, maybe we just in in

055maybe in those instances we just refer to advisors. >> Okay. Go. And then we can go back up and add um look at the comments as well. So, we're going to have to do this for every single one, aren't we? >> Or or just change that to advisors. >> Um, I like your thinking, Jay. Thank you. Oh my goodness. It's in here like a billion times. Okay. Do you see any more of those? And then we can go back to to the other comments. I'll scroll back up. >> I found one right here, but I changed it. >> Thank you. Please feel free to do any of those because I don't particularly like public typing. I feel like I do it very, very slowly. Okay. So, I think we addressed the student initiated one. We're

056okay with this. Correct. All right. Um Oh, you did the format. Perfect. Thank you. Um, on this one, Adriana said, "Should we have Danielson domain four components addressed as well? We don't typically use Danielson domain for we just use our policy. Is that correct, Jay?" >> That's my understanding of how we've handled it so far. >> Okay. So, are you guys okay if I just check it? >> Yeah. >> Okay. It said, "Should these groups have an adult partner to handle some of these roles faculty is unable to do?" >> Well, I think we address that by just putting advisors. Correct. I think she means [clears throat] I wonder if she means because it says they're not allowed to actively participate or sponsor, but then it says that they then spec specifies what they can't

057do in a more limited fashion. It's really confusing. >> So, what I'm understanding, the way that I read this, and I could be 100% wrong, is the way that I read it is that they're not supposed to actively participate in there. They're just supposed to be the adult that is there to supervise to make sure everything is safe. and these are the things that they cannot do. >> Yeah. >> It's not saying that you someone from the school can't be there because obviously someone from the school has to be there or someone has to be there. Correct. >> I agree. >> Yeah. And and the other concern I have because she wrote this before we created the non-faculty advisor. I think having these same restrictions apply to an outside third party prevents some overreaches where

058someone who might be part of a religious group would come in and then try to indoctrinate children to their specific way of thinking. So I you know if if we changed it to there's al there's an adult partner who can do all of these things I think we open ourselves up to a lot of risk but by by holding the holding any non-faculty advisors to the same restrictions I think that actually provides more protections. >> Okay. >> But I'd be open to Katie's perspective on that. >> I agree I I agree with that. Okay. So, wait. Are we okay? And then checking this one off. Is that correct? >> I think so. >> We able to address both of those. Okay. >> Sorry. It's very weird because I can't see any of you because if

059I do have your faces up there, then I can't see any of the comments. Hm. >> Um, so she put removal of faculty, sponsor or student from prohibited activities. >> Is she suggesting we add something about removing them or >> I'm not sure. I have a separate question or a suggestion. Is there a format that we ask people to comment with? I think it would clarify some of these things if they're not present to clarify themselves. Is that something we can add for like anyone who wants to comment for future ref would be a good idea? Mhm. Like I think if I think that's a great suggestion is that if you're not going to be present for the meeting, make sure you fully elaborate on your question because I don't want to I'm not sure

060what she's suggesting on that one. >> Yeah. And we don't have to spend too much time on it right now. I know that that's not the question at hand, but I do think I do think that that would be beneficial and I don't mind helping with that as well. Okay. And then I think that's the last of this one. Correct. >> I think so. >> So it is 5:44. For the sake of time, do we want to stop here or do we want to keep going? I'm okay either way. I did not um get a chance to review the next one on the list. I would need a minute to look it over first. >> What's the next one on the list? >> The district sponsored activities one. >> Oh, okay. >> Um I didn't

061really have many comments on there. So, I think for the good of the order, we as long as Justin, if you're okay with not moving forward, um >> I think James is also here now. >> Oh, James, see, I can't see anyone. >> Can can you hear me? >> Yeah, I can hear you now. But I was presenting, so I can't see you when someone pops in like that. So, >> yes. Uh I I have no idea. I can't find I don't know why my camera I popped in and out once or twice. I guess as long as I'm here at the end. Um no uh I apologize. I had a doctor's appointment and I was trying to get on. I still can't get my camera on though. I don't know what's going on. I'm

062gonna have to figure that out. But I'm here >> for what it's worth. >> Um so we were able to get through two. Um I don't know. Hilda, do we have another meeting scheduled? >> Um we do. We have um February February 25th, >> okay? >> Is our next meeting >> and you guys should all have calendar invites for the next three meetings. >> Okay, perfect. Do we need to decide what policy we want to work on next? Other than if Oh, actually, I should ask. We were supposed to get through the sponsored activities one, but we did not get there. So, that would need to go on to next meetings if we chose to not move forward. And then we would need to add other policy. Do you know what needs to be completed

063or not completed? Evan, do you completed policy or close? >> There is that one list, right, that has like the policies we're working on. See concerns. I'm not sure which list she uses to >> is the title to like policies to be I forget the name of it. I'm sorry. >> It's that same. It's complete. It's called the completed policies check. >> Oh, yes. It's called completed policies. Some are red and some are yellow that we're still deciding on, but I'm not sure to be honest how Adriana decides which ones we >> do. We need to Let me ask a question. Do we need to decide which ones we're going to work on before the next meeting? >> We usually address that. >> I know last time we had talked about the next couple of

064meetings, but be I just don't remember anything beyond the >> sponsored activities one. And you don't have to mention, but it usually gives people homework to look at him and stuff before the next meeting. >> Could we email that out? Is that okay, acceptable? I just want to make sure we're in alignment with the process. >> Yeah, we want to check with Adriana and then if you'll let me know and then I'll email the group. >> Perfect. I think that would be best. I just want to make sure we choose the right ones. And then we also know that we didn't get through all of them tonight because it's about 12 till 6. So, how does this work? Do I need to make a motion to end the meeting? >> Yes, you do. >> Okay.

065I make a or is there anything I need to do before that? >> Um, no. >> Okay. I make a motion to end the meeting. I second. >> All those in favor? >> I >> All right. Thank you everyone. Have a wonderful evening and we'll see you end of February. >> Thank you. >> Thanks for Bye everyone. Yeah. Bye everyone. Great. >> [clears throat]
