001e e e at this time I'll call the public hearing to order and we'll start with the Pledge of Allegiance I pledge aliance to the flag of the United States of America and to the Republic for which it stands one nation under God indivisible with liberty and justice for all thank you beginning with item A2 uh this is the time for the public hearing Dr CTO thank you madam president uh we will begin our public hearing tonight and Miss spidel will take us through our expenditure budget revision thank you Madame President Dr Coto um members of the board cabinet and Community um we are here tonight to present the final budget revision for this fiscal year 2324 um as you recall the process for Budget revision start ongoing throughout the year we approve uh we
002propose a budget in June of the fiscal year um adopted by July and then if needed we do a December budget revision and so really May 15th is the final point we can make any budget adjustments and so um that is the point that we're out today is is the final budget revision for this fiscal year and as all budget adoptions and revisions require public hearing that is what we're here doing tonight so the main reasons for this budget um change was really due to these two items um specifically affects capital and m&o so there is as ADM fluctuations occur throughout the year there's going to be a couple adjustments to our Revenue control limit and so there was a slight adjustment of about $57,000 related to just some ADM fluctuations um but really the
003largest portion of the change for tonight's budget revision is that um change in our allocation um of $4.5 million increase over to M um so as you recall in 2324 the state provided a one-time State a appropriation supplemental funding to school districts and so we had actually throughout this fiscal year we had it temporarily allocated in the capital fund until a usage for those funds were approved and so um back in February the governing board did approve um a one-time retention stien to be paid in the next fiscal year and so what that then required is to shift that $4.5 million do from Capital that it had been sitting in over to M so ultimately our budget limit as a district hasn't changed it's just shifted over from one funding source to the next and
004so something also just keep in mind then that means when we look at our budget balances for this fiscal year at the end of this one it's going to look as if we have an extra 4 and a. half million in that budget balance but that's just because it's being held in reserve to being paid for the in the next fiscal year in the fall so this is um the mainten and operations fund this is where you see that four roughly $4.4 million adjustment upwards again that 4 and a. half million is reserved for payment into next year's employee retention stipended um and then we also do throughout the year we make adjustments um based on the program activity if we had additional budget um activity in regular Ed versus special ed transportation and K3
005reading program and so that is um The Adjustment we see being done in M our Capital funds again that unrestricted capital is exactly that 4.5 million reduction from when we had December as our most revised budget to now in May so that is specifically attributed to that uh budget allocation transfer to M and then the emergency building renewal grant program those are related to those school facility divisions projects that we received throughout the year so this just been a little bit more activity in approved projects from December to May so that reflects the most updated figures from the sfd classroom site fund there's been no change um since it's already reflected carry forward all the updated activity there's been no change from the December budget revision to this may current revision so that still stands
006at the reflect um final carry forward amounts when we had our December budget revision we still didn't have those Grant completion reports finalized through the state so now that that's been done um this reflects the final carry forward amounts as well as we've had a couple additional small federal grants um in that time that have been awarded and so that's the updated balance there um State Grant again just very minimal activity and then our food service fund um again it's a cash-based fund and so really the activity in there reflects only the available Revenue sources that are um available and U to commit to that Pro program but obviously we've seen a lot more increased activity in our food service which is a good thing and so we have adjusted the um budget balance to
007reflect the activity for this fisal year and as always we do have um all of our financial reports once this report is um or this budget is approved by the board we will be updating our website to reflect this most updated annual budget and then we have all of our other Financial reports audited reports available for public viewing at any point in time and so at this point I um happy to answer any questions from the board at this time are there any public comments I'm going to take that as a note good okay all right we'll move forward to to our regular meeting and we'll start with item C1 Dr Coto thank you madam president uh tonight we're here to recognize three outstanding scholars in our district um and I would ask the board

012quick reminder to finish up um with the student recognitions we will also be recognizing a bunch of graduates on Wednesday May 15 so that is coming up quick okay next we have audience with individuals all right we don't have any all right uh next we have item E1 student update we don't have a student update all right moving on to superintendent update Dr Coto thank you madam president um tonight just kind of previewed it we're getting ready for graduation the end of the school year um graduation will be held State Farm Stadium coming up on Wednesday May 15th so first graduation at 10:00 and the last one starts at 5:30 so we are looking forward to that I'm looking forward to the end of the year we're finishing strong and um it's it's a good
013time as you can see the uh three students we celebrated there's many of those success stories across our district and we're very proud of all of our students so that's all I have this evening thank you next we have item E3 governing board update okay let's see excuse me um I attended the daart Education Foundation dinner where uh 90 seniors received uh scholarships worth up to $90,000 um also went to the Thompson Ranch ballet folor and Sundown graduation was sh emotional with uh those 90 kids and all their accomplishment and it was also Bobby Lockhart's last graduate graduation since she's retiring and uh wish her a lot of luck in her future retirement plans and finally I attended the Shadow Ridge um honors award ceremony so congratulations to all the seniors it's been a very
014busy two weeks since the last board meeting um I also attended uh Thompson ranches ballet folklore EO and I just want to say that it was phenomenal the dancers um you could tell that they really uh work hard at at the performance um very elegant beautiful dresses um and then in the the brochure it mentioned that this has been going on for 15 years at Thompson Ranch so I just want to I just want to congratulate um principal Kerr for continuing this tradition I absolutely loved it had a blast so um from there I went to Willow Canyon High School ceremony senior award ceremony um congratulations to all those students then from there I was also attended Sundown um and congratulations to all those uh graduates and honors um and then from there I went
015to Freedom traditionals National Junior Honor Societies in indoctrinate or um induction I'm sorry um we had 20 new inductees so congratulations to all the sixth seventh and eighth graders so thank you I just want to wish all of our teachers a a happy Teacher Appreciation Week um I know you guys all go above and beyond our three Scholars that were here this evening you're um obviously had a huge part in that very proud of those three students by the way I just that the amount that they're awarded is just unbelievable um so very proud of them but but again um our teachers had a a big part in that of inspiring them and helping them along the way and um there's no amount I say this every day there's no amount of money anyone could
016ever pay me to be a teacher nowadays I just I wouldn't be able to do it so I admire all of you and uh thank you for all that you do I appreciate it it's it's people say it's great to be a teacher you just work less than a year get Summers off and um that's always the joke because half of more than half of our teachers if not every single one of them they're um not bell-to-bell teachers they work when they get home they work through their Summers many have to get second jobs um and a lot of those things aren't things that they necessarily advertised but it's their life so again just want to make sure that you understand that that's noticed and um really appreciated so enjoy your week I also attended
017the Cinco the trace um event over at Thompson Ranch uh with the ballet f glorica um our students were just absolutely incredible and um it was just a beautiful experience um I also attended the uh the sundown Mountain ceremony looking forward to seeing those uh seniors walk across the big stage next week um I also attended the Valley Vista senior convocation ceremony and it's just really inspiring to see so many with um with Bright Futures ahead all of the scholarships awarded was was just absolutely incredible and I'm sorry I wasn't able to make it to all of the other high schools but work family life is crazy in May um and then um I I also enjoyed the freedom traditional National Junior Honor Society induction ceremony um big congratulations to all of our district inductees
018um and that was it thank you next up item F1 I'll entertain a motion to approve the consent agenda I move the governing board approve consent agenda items as presented motion carries okay moving to item H1 Dr croo thank you madam president uh tonight we are very proud to present two individuals for administrative recommendations for the oh what's matter H1 oh sorry we'll be proud in a [Laughter] minute I skipped marydale sorry I was getting all pumped up I was ready we will go to the summary of meet and confer sessions first Miss spel will take us through that please hold thank you Dr CTO Madame President members of the board um tonight we are here to present the summary of our meet and confer sessions which have been occurring throughout the year um I
019did want to point out the Ida team that um really comes together and spends their time and effort to discuss um really those items of interest for those various employee groups that we see noted there and just ensure that we're meeting the the needs and exploring every possible options to really um address any concerns and or questions for this coming year so definitely want to thank their um them for their time and effort again we started this process in December um met quite a few times throughout the year and really culminated in tonight's uh recommendations to the board which we'll go over in here in just a second so the process really when we um first meet is really the every individual group um kind of goes through and identifies what are those area priorities
020what are those that they feel would make the biggest um impact on the overall success of of their areas as well as for the district and so throughout the meetings um we also gathered various requests and what we do then is go back we cost out those options um it's never a no we're not going to consider this it's let's see what the cost of that is and whether it's something that we we can even consider um given the estimates and projected revenues for this coming year so we do evaluate all those options um we then as I mentioned we we weigh the cost of those options down sometimes a challenge because as you know the state budget is not necessarily adopted by that time and so we have to do a conservative estimate while
021still trying to address the high priority needs of the group and then really towards the end of this process we ensure that all of the groups they do have a consensus over the um options that are being explored based on the revenue sources available and so ultimately that consensus is achieved and we then bring that to the governing board for your U approval for recommendation and approval for the board so one of the first items that the IBA team did uh recommend was one that we already uh brought to you back in February and that was the retention stipended again that was based off that onetime state aid funding that we received um at the beginning of this fiscal year um and they really found that to be a value to provide that additional retention
022and stipend as you know our eser funds are finishing at the end of June 30th and so there was still that onetime funding that we received from the state and so determined that that was a good um impact for our employees to receive that retention dipen so um tonight's budget revision as we already mentioned reflected that that adjustment additionally later on in that same month of February we then brought to the board the recommendation for the benefits package and so that did have an increase cost of about $500,000 um really the district um maintained the majority of that increase we tried to pass as minimal on to the employees as possible and continue to offer a z employee contribution for HSA based employee only plan and so that also absorbed um some of the projected
023Revenue uh for next year was in that benefits package and so what we did is the assumptions that were used um we look at projections and estimates and enrollment forecasts for this coming year so we have an estimated ADM count of about 21,900 what that really reflects it's about the K8 counts we expect to remain generally flat uh we do still expect an increase in the high school counts as well as continued growth in the special education um student population and so also expecting that we're going to be receiving that uh 2 % increase for the inflationary adjustment from the state um we anticipate that happening um once the state budget's approved as well um that is one of the required items that they are going to be funding there's other conversations on other things
024but we're not necessarily seeing that finalized and so we wanted to provide a conservative estimate for Revenue next year and then also we then take that estimated amount coming in and we have to set aside funding for what we know is the minimum wage increase that continues to go in effect every January and then also we have known an utility rate increases I know APS passed a pretty large um increase for this coming year that already went into effect March 1st and so we expect we put some funds aside um for that as well so once all of those items were accounted for we then look at what remains and the items that um were provided from the IBA team for the board's recommendation are these two things the first one is to provide a
0252% increase in the base pay to all current employees and that is for all the employee groups um and as in previous years we would also continue to um the process of increasing the salary schedules by um half of the recommended increase so that we continue to prioritize our current employees and so you'll see those salary schedules for um board consideration and during the action discussion items and then also there was one position that uh really from all the various employee groups this was one that that Rose to the top as far as just needing to be addressed and that was looking at our data records technician at the k8s and our high school registar um looking at a similar role at the front office it was looked to say you know that we need
026to address some vacancies and some turnover that occurs in that position um because some are often moving to the other um position that may perform kind of similar clerical functions and so it was looked to increase that from a grade J to a grade L um and so that was the one position that was um recommended for the board's approval this is the summary of ultimately the costs of what those amounts and recommendations would account for so the base pay increase of 2% would result in about a 3 million doll um increase for next year the grade increase for that one position we see that amount there as mentioned we had the benefits cost increase and also the set aside that we have planned for both the minimum wage and utility rates that we know
027to be going up and so based on that 2% inflationary adjustment that we know to be coming that is um more than enough to cover that amount and so we do have a budget balance um going to the next year based on these recommendations and so that is the update and the recommendation for the board's consideration um and I'm happy to answer any questions can I just ask a quick question just to make sure I'm clear on the the benefits piece the maintain zero employee contribution for HSA based employee only plan HSA is more of that that savings health savings plan right but they the employee will also get um a regular insurance plan like through Blue Cross Blue Shield correct as well yes so that is one of our with called the high deductible
028healthare plan so they do have health care benefits and HealthCare coverage um but it's different from a PO where you have a standard $25 deductible or a $50 deductible you will have a certain amount that you have to pay still Co insurance for your amounts so what the district does is we offer that z um employee only plan we do contribute as a district if you're an employee only $500 towards your plan if your family $750 and then in addition to that employees if they have a wellness visit can have an additional 250 added to their plan if they participate in the um Wellness incentives they get an additional 150 so the employees do have the possibility of having $900 from the district contributed into that health savings plan which would help them offset some
029of those costs but yes it is still Insurance um they don't have to pay the premium the district has um bore the cost of the premium for that um plan but there are still related Insurance expenses that um that you incur with a high deductible healthcare plan so high deductible you're meaning so that would be U it's not so much a co-pay situation correct correct okay yeah you usually see like a discounted rate um you start seeing some where you kind of kind estimate what does it cost to go to this physician versus this phys so it really kind of puts more of that um power and control you know in the employees hands of determining where they would go versus just getting the strict co-pay as you would with a PO plan I see
030okay thank you you're welcome with the um increase to the data records technician and registrars I'm just curious is that conversation um within ibaa is that organic or is that um the district possibly presenting a a few different positions for potential upgrade there were various um other items to be considered but actually that was the one I'm looking kind of at all the various cost out requests and that was really the only position that was looked at to say this is one of high need and I know last year we addressed I think a couple other positions where we saw High turnover vacancies in um I think what often happens is you have those positions when there's an opening in that other position that's in that front office that does similar um attendance taking they
031then move to that position thereby creating a vacancy in the state of records and as we know they are the key position to accurately capturing that student enrollment information which drives our funding and so that was looked at as a position that's obviously very integral to make sure we we maintain the people in there as who obtain the training rather than constantly having that turnover but yes that is definitely one that the IBA team noted was one that needed to be addressed right thank you I know it's also an audit point for us too it is so I maybe this will help with that I you know if that if that does I would be very happy so any other questions or discussion okay we'll move on to item i1 Dr crto okay Now's the
032Time we can be excited um we are proud to present the following administrative recommendations for uh positions for the 2425 school year uh tonight we are recommending Mr Jim burn as being recommended for the assign assignment of assistant principal at Dart high school and Mr Ian Casey is being recommended for the assignment of assistant principal at Luke Elementary so all candidates obviously receive salary and benefits commensurate with their position uh they went through a comprehensive selection process as they always do and we are very excited to bring this Rec recommendation to you tonight for them to join our team and they are with us in the audience tonight so I'll stand for any questions I move to approve the appointment of Jim burn and Ian Casey as assistant principls for the 2024 2025 school year
033motion carries congratulations if you could stand and be recognized real quick we appreciate that congratulations welcome to the team all right moving to item I2 Dr croo thank you Madame President tonight we bring to you the district's pay for performance plan and Dr asai will present this item good evening Madam president members of the board um it is my pleasure to present tonight on the 301 performance plan it is not a very complex I don't have the clicker do you have the clicker you I just seen one slide sorry um it is not a very um it's not a very thrilling presentation it presents the committee's breakdown uh to kind of recap where the committee went uh this is uh this is different than my slide was uh this is the slide breakdown so we
034heard from the study sessions that it was important to have accountability in the system and that accounts for the bottom 40% which is the achievement profile School letter grade uh the top part we heard that teacher we wanted teacher valuation way to give teachers some uh some control over what they're doing that they don't always feel like they have enough control over the school letter grade so we gave those equal weight rates of 40 and 40 uh the committee did recommend 20% for fact hours uh they do think it's important that teachers are giving service to their school and being there more than just Bell to Bell lots of teachers are but it also helps when teachers you know can can gain from that so 301 hours can be used for things like tutoring uh
035chaperoning dancing is there are there's a whole list of things teachers can do as long as it's a service to their school because it's going up by 10% of this model the committee is recommending that it's 30 hours versus 15 hours because the percent double they wanted to double the fact hours and I'll take any questions about the committee work I have a question regarding um under performance criteria M what does it mean when it says developing and do at the top developing so teachers depending on their rating on the Danielson rubric uh depending on how many distinguish they have how many proficient they have there are cut marks and they're either determined at the end of that evaluation to be highly effective effective developing or ineffective so our newer teachers might have more Basics
036because they're just learning we don't expect our our brand new teachers coming out to be on that distinguished really Danielson is a hard rubric when it's used correctly for an example for a distinguished students have to be asking students questions in class you really have to get that dialogue going a teacher that's at the basic which would kind of put her into developing might just be asking questions so it's really going through that we would expect our veteran teachers our Master Teachers to be distinguished so there are some younger teachers who are in that developing an effective range okay thank you is there a reason why you're using highly effective effective developing as opposed to using the the words on as I'm listening to you I thought of this question the word the on the
037evaluation itself like distinguished or basic just so it is that's the way they come out I mean that's what they're called when we rate them I don't on that form it's that's how they come out as well oh okay yeah that's just so the categories are different but the the end result on that evaluation form are these yeah okay thank you on excuse me underperform perance criteria I just want to make sure I understand where it says 30 hours it's for the whole year correct it's for the whole year per semester and it can start in the summer some you know some people start in July so it's a calendar it's a calendar year okay you mean fiscal year or calendar year I I've been here so long I just call it a calendar year
038it is a fiscal year it starts July 1 yes thank you I just wanted to clarify just I I live in school time I I get it you want me to go make you some more espresso please okay Dr crto I move to approve the district's pay for performance pfp plan for eligible certificated staff beginning July 1st motion carries okay item I3 Dr CTO thank you madam president tonight we bring to you you just heard the update on IBA these are the salary proposed salary schedules for the 2425 school year they do reflect the 1% to the new incoming employees and she mentioned 2% for current employees so the cap on these was revised this afternoon because it only reflected a 1% the cap is for current employees and that needed to go up by
0392% so that was revised um and those revised are posted on here but these are the um recommendations for the salary schedules for salary placement schedule and also asking for the approval of the 2% increase for all employee levels current employees in our system so I will stand for any questions you may have on this item thank you Dr kredo I move to approve the salary um for certified licensed administrative and classified employees and the 2024 2025 salary placement schedules as presented motion carries moving to item I4 Dr Coto thank you madam president uh tonight Dr asaiah will take us through this item Madame President members of the board uh now we'll be talking about the personalized submissions project uh the personalized admissions project H has basically two goals to get more qualified Arizona high
040schoolers into higher education and to streamline the application process by removing barriers I put the first bullet first because I think it's very important to understand this is an in our district this would be an opin program for parents so in other districts every kid is part of it in our district it would depend on if the parent wanted that letter sent home so I'll proceed with it from there so in the personalized submissions project we upload our data to the state uh they have someone there working that verifies all transcripts because to get into an Arizona college you need to meet certain requirements that staffer goes through and they calculate did this child meet abore and abore get us the credits to get into college from there they uh they reach out to us
041we would do the opt-in letter uh then they would give us a letter to provide those families saying your child has been accepted to ASU congratulations it basically makes it so the child doesn't have to apply as long as they meet the requirements the college accepts them based on that um I wanted to go over protections because I was concerned when we heard about this program about our data protections for our students because that's important uh so we do upload the data directly to ad and the data we're uploading is child's transcripts uh a decision Center data scientist who's approved to work at ad who cannot extract any data without ad's approval reviews the transcript dat of the student his or her task is to code the courses to make sure they meet the Regent
042admissions requirement and then they make a list of students who are on track for University and who aren't on track the calculation of who's on track is accepted by the universities without the University's admission seeing the student data the university once my child said yes I want to take you up on your offer of acceptance I would then have to produce those transcripts again but I've already been invited uh the letter template comes from the University and right now I believe it is ASU and na they are trying to get U OFA on board um and the there's a print mailing shop who we can use to send the letters again the university gets no data until it's provided by the family the district does receive a letter that attests that print service has shared
043no data and then the data is deleted um from ad after after it's used one of the reasons this is kind of near and dear to my heart my husband comes from a family who wasn't a college educated family and it was very hard kind of going through the way to get to college and I know that some people can do that naturally but in a family of eight he didn't have a lot of help doing that I actually went through the admissions process with him when he was about 35 and it was a lot more complicated than when I applied to U OFA a while ago um so what this does is it takes the that out of the parents having to you know do all the really hold their kids hands or the
044kids having to go through it while they're still trying to navigate AP classes and things and it's a way to just invite them into the university saying congratulations you're accepted um from what I understand from the districts that do this is the kids get really excited and start talking about it and they go up and they say Mr moosey did you know that I got accepted into ASU and it creates that colleg going mindset they don't necessarily have to accept but to just know that they had passed Admissions and they're they're invited has had a positive um influence on those kids in those districts I'll take any questions just to confirm ASU is so far the only University issue is so far I believe na is almost on board correct okay with potential for more
045to come with the potential for more to come I know they talked about U OFA specifically I think because they're all three the state universities um they're not I didn't I haven't heard anything about GCU okay so I guess one of the concerns that I have is students are just automatically accepted they don't have to go through the process to apply to me that just seems like everyone gets a trophy like you know does if if students can't and and understand your situation was a little different than most people's um but in general if students don't apply to college if they're not motivated to apply to college or they're too scared what makes what's going to motivate them once they get to college to actually go to class and perform at the high levels I
046think that's a really good question and it's one that I can't give you a definite answer on um I also have a child who applied to college and went through all of that and she's back at home with me um so even going through that process didn't really seem to help a whole lot um however I do think you know the students we were talking about had to clear all the aore requirements the foreign language everything that's entailed with it they also had to meet a certain GPA threshold so they are students who have done that work to get there it's just the application process they're not going through and with that I I wonder I I is this going to discourage some other students from applying you know once they hear that this kid
047automatically got accepted this kid automatically got accepted and this kid's going well I didn't automatically get accept it what's the point of applying you know do we think that might discourage others or would that not be an issue it could be an issue again I I can't say one way or the other I guess it could but those students who aren't accepted wouldn't meet the criteria if they if they did apply they wouldn't have cleared those aore credits that doesn't mean that they won't be accepted to Community College or somewhere else but if they don't have you know if they passed all their classes with D's and they didn't get the GPA to qualify they wouldn't be able to get accepted either way I guess I would assume I would assume that our counselors would
048be having those conversations with students that are meeting the obvious requirements to to gain entrance into a school like ASU wouldn't our counselors have that conversation like dude you you're probably going to get approved why don't you apply you know what I mean aren't they having those those conversations with their students today I think they do um I can't guarantee you that they do okay um you know I do they do go in and do whole class A lot uh they do meet with our kids who aren't on track to graduate but there's a big Middle Ground between the kids that aren't on track to graduate our kids that are clearing abore and our kids who are kind of surviving not thriving right here and I do think they meet probably a little bit more
049right now with this group to say hey we need to get on track so we graduate than we do with that upper group we could do a better job with our upper group I I guess my concern and and I don't know if this is maybe where you were going with us a little bit but if our students are you know struggling maybe College isn't like you know the immediate fix for them yeah and some kids are going to yeah some kids are going to go to career right they're going to get a certification or they're going to go and get a job and any of those are fine today what this does is it just targets those who have that GPA to clear and it says hey this is a door you can walk
050through but a GPA to clear I mean that means you're you're likely not getting a scholarship ship do you know what I mean so you're almost setting them up for potential Financial issues I can you repeat the question I'm sorry if they're struggling with their with their grades if they're kind of borderline they're they're likely not going to receive a scholarship or yes right and if they're struggling with their grades they probably wouldn't clear University admissions as well correct okay but this is sorry this is just an acceptance they still have to figure out how to pay for it which may I'm sorry allergies but they that may be an incentive to apply for scholarships hey I got accepted to ASU now I got to figure out how to pay for it and then also
051with the FASA hopefully that application has gotten a lot easier but this may be an incentive to start researching on scholarships so that they can get you know from the flip side excited to how am I going to pay for this it maybe and I think you you know one of the things I think of is sometimes in our households and we talked about this in my household when I was younger my hus in my house it was always shelle when you go to college when you go to college in my husband's family of eight immigrants it was always when you go to work when you go to work so he never had that as a thought in his mind and receiving this letter because he did have decent grades uh receiving this letter might
052have said to him hey you can go to college a lot earlier well also unless unless things have changed in the last few years um I know at least for ASU if you you don't even have to apply for certain scholarships it's just based on Merit they'll just tell you you've been awarded this much money based on your GPA so um that'll help students as far as wondering where the money is coming from yeah they don't have to apply for those scholarships there's plenty out there but those are automatic those are the best do we have an ETA on when the other colleges might come on board um I do not we would hope I I think na they talked about it like it was an immediate I don't have an exact date okay and
053U OFA I I would be almost certain it's not next year so my best guess would be na next year and the U OFA the following year I think for me the one thing that I that makes me okay with it is that it's opt in so parents it's up to the parents if they if they want to have this happen for their child and they'll know like so for maybe a struggling child um they may not want to opt in and have them go through that and then find out we don't really have the money and you're not going to qualify for scholarships or whatever um I like that piece of it I think when we talked about it earlier um I either didn't hear it or I didn't ask um that piece as
054far as if it's something that everyone's automatically doing or not so I like the fact that it's opt in and I have to credit Scott stale we stole that piece from them I guess I still I still have a bit of a concern that it's just ASU also um you know it helps if the other state schools will come on board too but it just feels like it if you know it almost feels like a money trap for certain students I think something we could emphasize to our families and the counselors could do this going around is if you got the acceptance letter from ASU you're also going to be accepted into U OFA and na I mean they all have the same region requirement they would have to go through the application process but
055it would be something if a child was like I don't want to stay here okay well you also have the options of tucon and Flag Staff and we can help you navigate you through that process is it just a timing thing because you said NE is almost on board so have they verbalized or have you heard that they're actually moving into this process we just haven't finished them up yet yes have we heard if it's going to extend any of the trade schools um I haven't and I don't I can't tell you that I know the acceptance for all the trade schools and what that application looks like and then one other question um who will be uploading this data to ad D our research and achievement department and then how long is this agreement
056good for I don't remember uhuh I I don't have that information I'm so sorry I did not look before I can get that back to you and then if if any you and um U OFA jump on board with this then we don't have to come back with an agenda item no it would be it would be the same for them same yeah I don't know I'm just I'm very lary of sharing any data you know it it helps that parents have to opt into it and not opt out of it it just I don't know makes me nervous but I'm not sure if I misheard you earlier but were you saying that this data is has uploaded to ad already for other purposes just for graduation purposes I don't think ad has our graduation
057our data for graduation I'm not I misheard you then okay oh yeah we upload it I believe I don't think they have it before that Dr Coto do you I'm sorry we do not upload that data ever I ever but we don't specifically upload the transcript data and all that okay um and then also just to clarify hold on I got a window update okay hold on postpone um the the letter that's attached here includes ASU Na and U OFA is this just a sample it's a sample letter okay so when would the when would this letter be received would it be like in the student handbook you know book of papers you have to sign at the beginning of every year is it something mailed separately no it would have to be mailed separately
058because it's after we find out if the students accepted or not because they only get the letter if they're accepted okay no I'm sorry the letter that a letter for the parents page five yes for them to sign I'm sorry no we would do the letter individually and get it home okay in the beginning of the school year I would do it in the beginning of the school year yes but I wouldn't include it in the student handbook I think enough not enough of our parents always read the entire student handbook so I would want it to stand out to them thank you okay yeah I don't want it to get lost in the paperwork the beginning of the school year okay if we get to the point with um parents Square where we can
059sign forms electronically that would be that would be wonderful because I think it would make it easier for parents but I would want it to be sent on its own so it stands out okay I guess another concern I have um maybe this isn't a concern at all I'm just thinking out loud so if we've got this top tier percent of students of high achieving students just automatically get accepted will there be enough room for C I guess average students to still get accepted to these state universities so yes your see your see child your C student qualifies for it because with abore you have to have all a BS and C's I guess that's a that's another question so the criteria the specific criteria for this did I miss it somewhere if you're opting
060in and to get accepted do we have the specific criteria somewhere uh for aore yes abore I believe your overall GPA needs to be I want to say 2.0 uh which would be a state a c average you have to have four years of English four years of math three years of science two social studies two years of foreign language One Arts CTE and then your electives so any student who meets that criteria could possibly get accepted automatically yes are there any demographic um data point shared no those are not on the transcript okay so that does not come into their calculation on acceptance no okay thank you I'll entertain a motion on this one I move the board approve the participating institution data sharing agreement personalized College admission project and authorize the assistant superintendent
061of Education to sign the agreement and any Affiliated documents sorry motion carries all right moving to item I5 Dr Coto thank you madam president uh tonight um we asked to approve the uh budget revision that Mary Dell did an amazing job um presenting in the public hearing and with that maryell will stand for any questions you may have but other than that um we're just asking for the approval of the budget revision I move to approve the 2023 2024 okay hold on a second is that the correct year okay 2023 2024 revised expenditure budget second motion carries moving to item I6 Dr Coto thank you madam president uh we are getting towards the end of the year so um I'm I'm asking that you have a motion to establish an executive session for next board
062meeting May 23rd uh for the superintendent year in evaluation and I also will do a public presentation at that board meeting okay additionally I would request a different date I will be out of town I will not be in attendance at the next board meeting is there another date that works for you even an off cycle one maybe we could look at that I wasn't prepared to look at that but um we can definitely look at that if we need to I just with that we only have one um one board meeting in June um we which makes it difficult with goals and everything because I'd like to present the goals to uh establish goals and I would like this board to also review the goals they haven't been reviewed since 2019 all at that
063June 13th meeting so so if we want to pack it all in there we can do that but that might be a little much for that night because I would like to present uh those goals and develop my goals before the administrators report back on the 9th and 10th of July I believe it is what about the 30th and if that worked uh depending on how late it would go I just need to be wrapped up by 8 so since that's not a board meeting night I don't think anyway is it the 30th I could do the 30th I could possibly phone in on the 23rd but we've got a family graduation that day so I'm not quite sure what what would be going on that evening and I'll be 3 hours ahead of you
064but I could do the 30th we also have the option of of sticking with the 23rd if if we wanted to but does the 20 does the 30th work for you though um I could make the 30th work I could I mean if you want to stick with the 23rd that's perfectly fine that's up to you it wasn't workable in any other way um it's all right I feel the love it's okay I get it you are very loved um so how does everyone else feel I okay me I can do either one either one you either one okay so the 30th you could do that okay okay sorry to throw you off will be an agenda with just one item I can actually do the Public Presentation and go in executive session yeah okay
065that'll that would shorten up the next meeting too then probably no well not doing the presentation we still have the goals review at that meeting and all that at the 13 be a public correct in the beginning yes so are we doing it at five or six um whatever you guys would like to do I don't know how long your presentation would be probably 15 minutes max you're good I'm flexible on the time yeah I am too so I can meet earlier that day if anybody's able to or we can just do it at 6 early doesn't work for me I could do 5:30 okay I can't do six or I can't do five I'm sorry okay I'm tired okay so we're good with 5:30 yeah 30th okay I moved to estab wait sorry I
066just editing it myself one moment okay so I I moved to establish an executive session on it's not updated but May 30th at 5:30 for the superintendent's yearend evaluation second I'm sorry but isn't there going to be a presentation prior to the executive session yeah we'll just establish a board me it it's not updated so a motion to establish a public meeting a board meeting and executive session do you want me to redo it I can't hear you I'm not voting because she's she's she'll have to resend the vote to us I believe you're saying that that's up there oh Lord small print okay I move to I move to establish a regular governing board meeting and executive session on May 30th 2024 for the superintendent yearend evaluation chy do you want to second that
067again second what I didn't vote on it okay motion [Laughter] passes um all right moving to item J1 request for future agenda items okay none okay I move to adjourn
