two cents in on October the 12th at our Performing Arts Center is a show called close to you or tribute to the Carpenters uh there are people from my community who are the singers in that and they are two spectacular young ladies and I my wife and I are going to the show and I would encourage you if you like Carpenters you like that kind of music to come out to the Performing Arts Center on uh October the 12th it's I believe it's this coming Saturday okay thank you thank you all right next on the agenda is uh school and staff recognition I'll do some Staff first U before we go with that we don't have it here yet there's a quiet young man who works over in that dark window over there that makes

us look good every single day his name is Jacob Harding he is doing his last board meeting today he's moving back to Ohio to be closer to family um and we just wanted to take a moment to to truly thank him there's a lot of people in the district that do a lot of things behind the scenes so thank you Jacob he's a it extraordinaire and we appreciate everything he's done now for the next two groups that we're going to recognize three groups but the first two groups I do have to tell you sometimes we recognize uh a lot of our employees based on employee of the month or or uh there's a special day in the month uh but many of our employees have a lot of things going on and so in some

cases we read these names they're busy in this case coaching um so so I'll read their names I think there's only one here we'll see how long we make Levi stand while I talk but I'll read their names and I want to say a little something about the coaches so one of the first people we want to recognize is Miss uh Ria baldenegro cross country coach at Colmes Middle School I don't believe she's here Mr Kobe Edwards who's baseball coach at Colmes Middle School yep he can come up and um you got the Mr Levi hogland who's the football coach at Coles High School [Applause] you guys can just stand up here for a second Mr Ed Allen volleyball coach at Colmes high school and Miss Heidi Bush basketball coach at Coles High School like

I said we'll get a quick picture but like I said um at this time of year or this this time of the board meeting it's really a chance to say thank you those you that don't or have not coached many of us have uh this is one of those things where people go above and beyond to really make make a difference for your kids a lot of hours uh if you're at school if you're in a high school example you're starting school at 7 o'clock in the morning and you may not be getting home from an event or a night uh event until 9 or 10 o'clock at night to come back the next morning at 7 o'clock you're sitting there every afternoon in the hot sun or uh evenings and weekends in gyms helping

your kids be successful uh it's just another part of our district we talk about a comprehensive District it's something for everybody and we have coaches that participate in lots and lots of different uh activities and it's always to help your kids get better and to help your kids follow their passions so we really do appreciate the job you do and the hours you put in and everything you do for our kids so thank you so very much thank you we also have a group of people some of them may be working too because they do the night shift which is our custodians in October 2 is National custodian day so we wanted to uh go ahead and recognize them I'll read their names again I don't know how many you here because many of them

working but uh Miss Sierra Guadalupe from Ellsworth Mr rosar Rosario salguero from Harman Mr Carlos vuela from CTA and ccs [Applause] Mr Xavier Smith from Ranch Miss Zoe ogal tree from Coles Middle School Miss Gloria bond from the district office and Mr Kaden wusi from Coles high school again these are the people that generally working at night uh sometimes during the day uh and they're there for your kids they're there for our employees they're always there to help to pick up to clean up um it's a thankless job at times uh but without them being there obviously our facilities wouldn't look the way that they do look uh coming off a break where many people were resting and having a nice time they were put in extra hours to make sure that we could do

some of the things you can't do when kids are there like deep cleaning and taking care of the carpeting and some of those kind of things so a lot of unsung heroes uh that we have every single day that make a difference for you and for your children and we just want to thank the custodians for everything to do so thank you very much this next group of people will also Mr or Dr Fountain and myself will do a little tag team on this one this is uh a special group this month is October is National principal uh month and so it's our way to say thank you to our leaders and so I'm going to call them all up and have them stand for a little bit while Dr Fountain says some things and

I say some things and we give them a little something so Miss Tanya Loftus from Colmes High School Dr Pat gouby from comes Center for [Applause] Success Miss Laura Ridge from Colmes Middle School Miss shanana schner from Colmes Traditional Academy Santa dunker from Ellsworth [Applause] Elementary Cheryl Pierce from Harmon Elementary Peter Quinn from Ranch [Applause] Elementary and Melissa Lopez from Simington [Applause] Elementary let's make him stand up here extra long um so I get the privilege of working with these folks on a regular basis um and I we run the gamut of emotions with this group sometimes it's high fives and hugs sometimes it's tears and frustration um but the thing I'm most proud of is that each of these folks uh lead with their hearts I was just going to read a little something

and then i' I've got some flowers for you so uh so this is about the principal's role so a principal is not defined by the title they hold but by the quiet ways they shape a school the decisions made in moments unseen they are the ones who set the tone before the Bell Rings Who Walk The Halls not just to oversee but to understand to be present to notice in the heartbeat of the school day they see not just the academics but the person behind the paper the teacher behind the lesson plan the child behind the challenge they make space for every voice listening when words are spoken and when silence speaks louder their work is not about rules but about building relationships strong enough to hold a community together a principle is the St

hand guiding through uncertain times the vision that pushes the school forward when obstacles feel insurmountable they are the ones who see potential where others see only difficulty who Inspire not through grand gestures but through consistency trust and unwavering support and their office doors are never closed not because there are no problems to solve but because they know the real work is done in connection even the Open Spaces of collaboration and care every change they make every hard decision ripples through the lives of students teachers and families transforming not just the school but the future Beyond it so we're very proud of the work you do [Applause] what are hydranges there you go okay and now we have our uh school that we're highlighting this yeah and so we'll ask Miss dunker to come up and

highlight [Applause] Ellsworth good evening members of the board Dr W Community it is my pleasure to welcome some of our students and I'm really excited for some of our students because they've been longtime Ellsworth students um some have been there since kindergarten um one since second grade and I think I'm trying to think how long Ethan kindergarten kindergarten so three since kindergarten Levi since second grade I remember I can remember when each of you started at Ellsworth and this is like our co- cohort this year in sixth grade I'm really excited about cuz we have about 40 students from this sixth grade cohort that have been at Ellsworth since kindergarten and that is the most students that we have retained since kindergarten through sixth grade and we do something special each year for them um

our Eagles from the start we do recognize them when they leave Ellsworth and fly the nest and move on to their next um their next chapter of their lives and I'm really sad cuz I'm losing two families I still have one that's going to be staying with us um but I'm really sad because these are two longtime Ellsworth families and I'm really sad that we're going to be losing this year to move on to their next school but I'm going to welcome Mrs girton up our sixth grade science teacher as well as the students who will be introducing themselves and sharing a little bit with you of what they are learning in science this year [Applause] to make this balloon experiment you will need a balloon sorry I'm Riley Baker and I'm a sixth grader

at Ellsworth Elementary my favorite balloon experiment is the balloon is the balloon experiment obviously to make this balloon experiment you will need a balloon when the balloon stays in place the balloon has potential energy when the air is coming into the balloon sorry that stays in place which is potential energy when the air is released the potential energy is converted and is converted into the energy of motion which is also known as kinetic energy this balloon experiment this balloon experiments experiment sorry demonstrates how energy changes in different ways and forms I really like this experiment because it helped me learn about new's Third Law so this is what they had to do in class so my name's case and Howe and I we did I chose the egg drop experiment and the law that I

chose that I thought it fit was Newton's third law because Newton's third law is force and when you drop the egg without a trap without Contraption it'll just fall and it'll break but if you have a perfect Contraption it won't break and the the example for it is so we dropped these from 12 feet high so the kids had to do the whole write up the experiment draw it up design it label it and then from 12 feet high we dropped each of their experiments I did yes sorry okay do you want to continue um yes what I liked about it was we got to go home and build our own projects with whatever we wanted and use our ideas to make something to stop the egg from breaking and that's the end was your

successful um Yes mine was successful I didn't mine did not break mine did not break [Applause] my name is Levi seski and I did the law that fits the egg drop the most that is Newton's third law force of emotion I think the egg drop test uh I like the egg drop test because it was a Hands-On activity how I think it was beneficial because it was a great way to introduce the concept of gravity to students to will while making science [Applause] fun my name is Ethan aosta and I am a sixth grade student in elworth elementary my speech is about this project that we did where we dropped baking powder into vinegar and water to see how when the chemicals mixed they create this bubbly effect which makes the bag explode and so

this project what this project includes energy and matter the states of matter is the liquid the change of pressure the compound and the gases created and then it goes into a cause and effect motion really so I just I want to say thank you guys because without the donations werble to a [Applause] lots e [Applause] you know it's been really fun to see the students um enthusiasm they re and we all know like students really love doing the Hands-On things and they really L creating and just to see their enthusiasm for science this year increase has been it's it's really been incredible so thank you Miss girton for bringing that enthusiasm back to the classroom all right I'm going to recognize our volunteer and it is Alexis if you could come up this is Alexis

G from V Sun Corporation and earlier this school year in the summer we were approached that we were nominated um we were one of two schools in the valley nominated um for their fill the truck um event that they they sponsored and so they actually did a fer truck school supply drive for us back at it was the first week of school the first Friday of the school year is when they held the event and then they came a week later and um brought 500 backpacks and many school supplies to our school and it it was at a time where like you know with budget cuts and things like they were just a lot and we were starting to hear from families that couldn't afford school supplies couldn't afford backpacks so it was a wonderful

surprise for us to see all of the supplies and I provided some pictures that you can see of just the trailer that that they had and this doesn't even scratch the surface of what they provided and this is just such a wonderful partnership that we're hoping can continue not just for this but just because it meant so much to us that that we were thought of and um we were very thankful for that so I wanted to recognize via Sun for your generosity towards [Applause] us all right all right so I have three more to give out Ginger girton could you please come up here she like what am i j up here so so it is my pleasure to recognize one of our dedicated staff members Mrs girton joined Ellsworth last school year actually

um in the with the post the count panau County poster contest for the um antidrug contests that are fi one of the top 40 finalists we've never had that kind of response before um she's getting us involved in the Civics B um so we're I'm really excited about the things that she's doing and beyond that she's just been valuable resource in for us and I'm really excited about all that she does for us and for our school community so because of that I wanted to recognize her tonight with a blue Apple [Applause] all right next up Chrissy Ryder could you please come up [Applause] here Chrissy is the administrative assistant at Ellsworth and she joined our flock in January and since then she's been an incredible asset to our team um she has been able

to streamline some processes um that we needed weren't badly needed as far as with her technology skills that were helpful for me she has taken over helping manage the social media pages so it wasn't just me having to do that um she has beyond that she just you know she has helped getting securing sub coverage for us um she has a few Subs that will sub for us that she's built relationships with which is invaluable if you know how that can go um she's done an amazing job and we are very lucky to have her at Ellsworth so I wanted to recognize her with a blue Apple [Applause] right my third and final one is not here she is at home she's watching from home um Miss Sarah Dixon our reading specialist now I can't

say enough about Sarah her dedication and impact on our school are felt every day she's in our she's been at Ellsworth for four years this is her second year as our reading specialist and she has shown um such a commitment in supporting both students and teachers in their literacy Journey one of her contributions is she has built an incredible Bank of resources organized by skill for our teachers to use during small group instruction for reading and um this has been invaluable for our students and for our teachers that they don't have to create those resources because sometimes that's the hold up and get it you know the time needed to create those resources um she also has facilitated professional learning sessions that have been well received by our teachers and guiding our staff on how

on literacy skills and how to effectively run small groups this year she has been instrumental in helping our teachers analyze their data and making informed recommendations on how to um on the phonic skills they may the students may need to Target their in and the instruction for our intervention groupings and that's been helpful for all of us so that we're really focused on what the students need um and I'm so grateful that she's just part of the Ellsworth team really she's really just has she takes initiative she SM has a smile on her face every day and this is an addition to what she does as a reading interventionist with our students so Sarah I know you're listening from watching from home so thank you for all you do and we hope you feel better

whereas the seventh grader she won a starting spot by being able to learn and adjust to our def defensive schemes she rarely needs to hear directions more than twice and she is always the one to remind her peers where they should be if they are lost on assignments she's always on task and if she can't figure something out the first she rereads the directions or asks the friends before going straight to the teacher congratulations on being student of the month [Applause] our next student is from comes Traditional Academy Kennedy ewal and I will say get your tissues out for this Kennedy has shown many characteristics of a great Problem Solver from day one of kindergarten she has overcome many of her own problems and has proven to be helpful to be a helpful friend on

go from there e e e thank you so that brings us to 5.5 governing board members any anybody have anything to report all something I want to share um just kind of in light of the uh n or the national principles month I had passings with a couple of principles from coms it was exciting it was at a uh Arizona Department of Education safety training and Chandler and I crossed path with principal Lopez so she's my neighborhood principal so I just wanted a little shout out there and I my experience with the two and three principles I think are my thought are representative of our principles in a whole um so it was neat to just have a moment to speak with her um and hear how her experience how things are going and the

confidence and the hope that she had so I was excited about that and then I was in a zoom meeting um a couple weeks later there must have been 20 or 30 of us in for the the quality evaluation training that we were having from the Arizona Department of Education as well I think and I was thrown into a breakout session with one other person and it was with principal Quinn I am sitting you know right there with him and so again to feel some of that hope and that confidence just excited about the principles that we have and then yesterday yesterday of course talking with someone else we're talking about our power our PA our path of cross and and the name of Laura Ridge came up and there's always a feeling of joy

and love when Laura ridge's name comes up and so it was thrilling it was thrilling so principles I want to thank you for what you do um not always do you get recognized and there's always a weight on your shoulder I know as soon as you put your foot on the cement from that car there's probably someone ready to take your plans just to take your time um that excitement that joy that enthusiasm you have for uh education be sure your teachers get to feel and know that you appreciate them um I know through action you probably do but give them those words give them those words let them know let them hear that you appreciate let them know you see that what they're doing even though some teachers can be struggling a little bit

but let them know you appreciate let them know you see that they are there they're kind of a lone soldier sometimes in that classroom they need to hear that you recognize them that you see them that you appreciate them so in this month of being recognized for principles give that love give that excitement back to your teachers so they can know because uh when they know that they're going to give that little extra ump when they're in those classrooms when they're having that tough time with that student or they're they're just that extra excitement that they're going to teach and so again I want to thank our principles for what you do um we see it I don't think we get to tell you enough that we appreciate you um and that's just what I

want to share today so thank you I also had one other thing um so our egg science or FFA um over the break and the last two days the land lab now has pens and uh they're going to start uh having animals in them for the fair so my my husband was part of that uh collaboration so he's been over there for a while helping out but it looks awesome so yeah and a lamb I think I think a lamb is going I think they have a lamb the Lamb's purchased but they have they have a place to put it now but yeah lots of pigs awesome all right anything else all right do we have any public no we all right um that brings us to seven point the consent agenda any questions on

the consent agenda not unless Julie wants me to ask one no not not this oneth are we good on the ratios for the overnight well the some of the ratios were off but that's okay they were close they were close they were close dang it well I mean one of them were doing expose facto kind of thing but okay any any questions if not I'll take a motion I move to accept the consent agenda as presented okay I'll second all right I have a first and a second all in favor I I I motion passes 5 all right that takes us to 8.1 discussion and consideration of approval of the joms proposition 301 um performance-based pay plan uh good evening again and last month we talked about the process of adopting the 301 plan and

the similarity that it is to last year's with just a minor tweak uh last since our last meeting I went out to our um teachers and at each building and really with an overwhelming 92% they were in favor of this proposal and I would ask that the board approve this for the 2425 school year okay were there any negative comments or reservations they had about any part of it no there no none that I heard it was either in favor or they were not but U the feedback there was no one gave me any specific uh feedback as to what they would want different okay any other questions all right I'll take a motion I'll motion to approve the J com's Unified School District 2024 2025 proposal proposition 301 performance-based pay plan as presented I'll

second all right I have a first and a second all in favor i i i motion passes I V okay that brings 8.2 discussion and consideration approval of 2425 governance team and book this is just the annual uh U bringing forward to you guys of the handbook the only changes uh this year are we I just waited until you had approved the Strategic plan so the back of the the book is the Strategic plan we made some changes a year ago on on Mr delena's suggestion but those are Incorporated so there's no other real changes yeah so I would recommend approval as presented okay any questions quick question um on the very first page where has the governing board members I guess after this next ele election on January the 1 we'll have a different

board so that page will just be updated yeah we'll just update the page all right I'll take a motion I motion to approve the 2425 governance did I say that right team handbook as presented I'll second okay I have a first and a second all in favor I I I motion passes by vote 8.3 consideration and approval oh questions already discussion and approval of jov comes Unified School District annual Finance we're to the questions I I can do it backwards if you need me to no I was looking here so I wasn't scrolling oh the slides were backwards um Mr Mr President members of the board colleagues members of the community action item 8.3 is the discussion and consideration for approval of the 2324 J comes annual financial reporting everybody's favorite topic it is Bob's

it's Bob I I love it Mr Delan is in mine we'll let you guys party hard here we go all right Arizona revised Statute 15904 requires the the governing board adopts an annual financial report no later than October 15th the package includes a district annual financial report School level reporting as well as a food service AFR all of those documents were attached to this presentation this pre uh the slide presentation is just a summary of the annual Financial reports and all of the worksheets since Mr Delena and I are the only one that want to look at 15 pages of excel spreadsheets the actual forms have been attached so that everybody can review them however with your approval tonight we will upload these to the ad School Financial website as well each slide will reference

where the information was obtained in the upper corner or in the header of the slide this shows a summary of our District's M budget utilization you can see our budget was just over $31 million and we spent 95 .2% or $29,800 th000 we are projecting a carry forward of 1.5 million and I really contribute that to the conscious spending of our staff everybody really looked at the cuts that we were having to make what the carry forward was going to be and knew that our Target was at least $1 million um and they really helped us pull through with watching how much went out last year this number will be fin finalized once ad confirms our final ad numbers it is based on what is published at this time but there are always small changes

um but I do project and expect it to be very close to this number that projected carry forward balance it's almost double what we at at one point were looking at just 750,000 when we were doing cuts and changes throughout throughout the last Academic Year so that's pretty good yes everybody really dug deep it gives us some breathing room yes thank goodness especially with the minimum wage going up in January yes it helps a lot the maintenance and operation budget um typically what we present so that you know is how much did we spend in each of the respective categories within the spreadsheet salaries and benefits were just over $22.5 million or 75 almost 76% of our total spending purchase Services were almost 6 million we had supplies and and then other those are the

different categories now I'm going to apologize right now if Mr Delena hasn't already caught me in the Box it says 2.1 million almost 2.2 million of the purchase services and it equals out to 90.5% that is a incorrect number when I originally did this 2.2 million doll of purchase services attributable to salaries and benefits that we hired from outside sources when we went back and looked at it and we had our custodians and we added some of the staff that were in the retire rehire program those individuals when we add all of that that number should be closer to almost $4.4 million that gets us to the 90.5% if I exclude those we're still only around 83% but still in line with industry standard which is typically school districts spending between 80 and 85% of

their overall budget for salaries and benefits that's what I would expect when we do our budgets and we do the AFR they are typically broken down into program types regular education special education transportation and K3 reading are the programs for coms these numbers are really in line with what we have done in Prior years the largest difference was 77% which was an additional allocation to special education which was reduced from those other sources but again our spending is still in line with what we projected in our budget and what we have done historically maintenance and operation is not the only fund it's just the one everybody looks at the most we do have other funds such as classroom site fund most people consider this your prop 301 money and we did spend over $4 million

for our staff um that is salaries and benefits that's not supplies that's not purchase Services it is salaries and benefits our unrestricted Capital which is usually our furniture fixture Equipment Technology Vehicles things of that nature we spent just over $1.3 million our federal and state projects thank you to all my grant people who work so hard on these diligently um that brought in an additional $5 million that we were able to use to benefit coms other funds that could be our Civic Center which would be facility use it could be Community Ed auxiliary operations student services um gifts and donations rooftop fees things of that nature in all of those counts combined we spent just over $7 million now the fun number if you take all the numbers and all the money we spent all

year long in the 23 24 school year we will be reporting expenditures in excess of $53 million lots of benefits to our staff and students once we take all of these spreadsheets we have to break it down in what's called School level reporting it's additional reporting that came out several years back that says we want to know how much was spent at each individual school I will apologize that the spreadsheets that I scan and upload for you to review they're very hard to read because it's very small the spreadsheet doesn't allow me to save um directly from the spreadsheet into a PDF because you have to go into one single spreadsheet and then use a drop- down menu to select each individual school so the way to get you the reports to review I have

to print each one of them and then scan it into a PDF document if I could download it from Excel directly it'd be a little easier to read unfortunately I can't do that but if you do want that spreadsheet if he'll reach out to me I can forward it to you the breakdown really just looks at all the sites and says based on what we know was an expenditure for that site which we code when we do the expenditure we can also look at what are the student counts what are the square footage meals served how many staff do they have at that particular site or what's the ridership if we're dealing with Transportation expenses and we take all of the expenditures and we allocate it out to the various sites based on these criteria

that's the spreadsheets that were provided to you so that you can see where it all spends looking at them there's not much difference from prior year then the last report that we provide to you is the Food Service AFR those people work really hard as you can see based on the numbers they're beginning balance was $2.2 Million roughly they brought in another $2 million and they spent $2.6 million which is going to leave them with $1.6 million in the account which is sustainable going forward which is great their meals they served over 435,000 meals breakfast and lunch to students and staff that's almost 14,000 meals more than the prior year the allart items increased 43% in the previous year we issued 3,590 and last year we uh issued four uh 53,9 129 alloc card items

to students and staff so they were really busy again the annual Financial reports are complete accounting of all the revenues and all the expenditures during the physical year and with your acceptance we will upload these tomorrow morning uh to the ad website are there any questions about the information or any of the reports I I do I just want to say you're absolutely right when you say it's very small and hard to read it's very hard to take out a magnifying glass to do it yes did you I did of course I did if you open it in PDF you can actually increase it to 200% and then scan back and forth back and forth back and forth I'm there now um the one thing I'm curious has anyone ever looked at the total expenses

for schol School divided by the number of students attending that school and get a cost per student overall big picture cost per student and compare schools to see how does Harmon compareed to Ranch compared to Ellsworth I'd be curious to see what those numbers might look like I can do that okay um I know one of the things that I've already talked to Miss Corey one of the things we are going to look at is on some of the reports it also looks at uh the special education spending by site based on funding and how that all Compares so her and I are already on tap to have a meeting to sit down and make sure that we're we're also hitting those targets as well but that's something I can definitely pull for just be

curious to see what that might look like I can do that okay good thank you you're welcome any other questions all right if we don't have any other questions I'll take a motion Jason's on a roll I was leave that to but I'd be more than to motion to approve hold on motion to approve the 24 2324 annual financial report School level level reporting and Food Service AFR reports as presented I'll second have a first and a second all in favor I I motion passes 5 all right that brings us to 9.1 discussion information on student achievement all right good evening Mr President members of the board Dr Wyman and Miss Winger um our report for this month is actually going to focus on the instructional time model um we'll have some updates for you

next month on our student achievement I believe Dr Wyman shared with you our memo with our anticipated a through F scores but shocker of all Shockers we're still waiting for those cut scores to come out so they're still sitting there in limbo but hopefully we'll know soon what those official cut scores are we'll be able to present that information to you um in the meantime I wanted to share with you some updates from the instructional time model and the work that we did this first quarter uh just a reminder this was what was originally presented to you back in May um the purpose of the instructional time model looking at those three main criteria there to address those educational challenges and some of that revised Statute language I won't read it to you again but

just a reminder that's where it came from um and we really looked at a couple of things obviously increasing instructional time um and re regaining lost ADM one of the interesting pieces that's come out of the work on the instructional time model um that our one of our principles is going to speak to tonight is really some interesting data about what student makeup work looks like and it's giving us another way to track that in our system to better understand if students are missing school what is the percentage of time that they're taking that opportunity to do that work um and what impacts that might have on some of our student achievement so just an overview of the time frame and some of this work uh your approval came back on May 8th um we

then submitted that plan to ad on May 24th um we took some time over the summer then to develop a handbook um that handbook has multiple components to it um part of that being the teacher facing element of what is asked of our teachers on a weekly basis to review their attendance and then the other component being that on the attendance side of things and what our attendance clerks are doing to update and refresh this information we got our first itm report out on August 8th so it took us a couple weeks to get our feet underneath us um with some support from our itm team and I want to mention Miss Liz zoa up there as well uh Liz did some great work for us to help us kind of get our feet underneath

us of what that would look like um and then we're going to give you the the first quarter review here tonight um so this is kind of a breakdown of what it's looked like campus to campus I know that's a lot of numbers but some of us love numbers so there they are um so you see CHS CMS CA the schools are there along the bottom um what you're seeing in those bubbles there is the number of absences that we uh recuperated out of the number of absences overall during this five-week period so from the 6th to the 27th um I am missing a little bit of data in there we had a little snafu to to make some catchup so CHS is not 100% accurate because I'm actually missing one week so those numbers

might look a little bit different um but it gives you a sense of where we're at so in essence what you see there is the recapture rate um that we're accomplishing on each campus through the use of the instructional time model um our average then as the district is 29.9% in those first five weeks so we're pretty pleased with that as an initial um initial effort one of the things that our principles are doing for us now is taking a look at um that data at the site specific level oh sorry got ahead of myself there um but taking a look at that at the site specific level um and kind of breaking down what that means teacher by teacher you know so for example do we have instances on a campus where we have

a teacher or two who has few or no students who have taken advantage of the instructional time model so is that a skill or a will issue is it a matter of we haven't skilled them up in how to use the instructional time model are they not offering makeup work to their students are they offering makeup work but they're not getting it back from their students so it's kind of those nuances of better understanding what that looks like um but I asked U principal Pierce to come and share some words with you tonight because Harmon's done a really nice job with that before you go on could you go back to the previous slide because if you look at the range of percent of capture from a low of 12.4 to a high of 54.7

there's a big range so we'd like to leverage the ones that are what they're doing and leverage that across the district and obviously you're working and and I think it's a somewhat of an obvious statement here but if you take a look at the schools that are lowest um there are a couple of caveats there the first one being when we look at CHS and CMS the complexity of capturing those at the high school and middle school level is much higher the ask of teachers is much higher the ask of the attendance staff is much higher because we're capturing attendance per period for students so every day a student is absent we're asking teachers to go in and review five periods worth of attendance so it's a little bit harder it takes a little bit

more work and then if you look on the other side there um obviously a couple of our new principles who have a lot on their plate new to the job new to the experience taking a little bit of time to get their feet underneath them they've had some other priorities um but we feel pretty confident that um that this is a a very low threshold for us coming out of the gate and that we've got some room for improvement but your point Mr Delena is exactly why I asked Miss Pierce to speak tonight because she's got some good examples of the work that they've done Mr President members of the board Dr Fountain thank you for inviting me to share tonight I'm I'm not going to lie I'm not sure I have anything like Earth

shattering to share with you I think one of the things that has helped Haron to be successful in implementing itm is that we started having conversations about itm right from the beginning of the year um I had my grade level teams come together I had them really just focus on what are we doing when students are not coming to school what best practices do we already have in place when students are missing work and so that kind of started to drive our conversations and as we were speaking most of our teachers started to realize you know what we were already doing those things anyway so the idea then of combining that with itm really wasn't a big stretch for them they were like well we're already doing it now all I need to do is

just document that in some way so by having the conversations early on we even started looking at Data before data was presented officially from the district so I just feel like being proactive in those conversations helped to set us up for success and then one of the things that we have done um since we've started itm is we are revisiting that conversation often so we had a conversation with staff today um a after early release and we talked about what's going well what's not going well um we even really talked about if you're somebody who is struggling to provide that makeup work how can we help to support you with getting those systems in place so our teachers spent some time even today still talking about what they're doing how do they present that to

students um and it really um drove some great conversations about why we're doing itm and teachers really quickly started saying things like it's important for our parents to understand that when our kids aren't at school they are missing really important things and we want kids to know like when you're not here there are great things happening and so I think they know that there's money involved like everybody knows we've had conversations about recapturing dollars but for them it's really becoming more about how can we really increase attendance over time so that being at school becomes more of an important topic so I i' I'm happy I'm super competitive so I'm not going to lie I like being above 50% feels really good um and my staff also is competitive but I think I think we're

really trying to look at it from a bigger picture um for attendance overall so our goal is to remain consistent to continue to have conversations and like Dr Fountain said um revisiting with teachers who might still be struggling to consistently have these best practices in place and help them to refine also so that as a St staff we can make sure that we're continuing to provide opportunities for work when students are absent any questions that I can answer for you awesome thank you so much all right thank you Miss Pierce I just wanted you to be able to hear from that site lens kind of how they've gone about it and some of the work that they've done and they've done some excellent pieces there so um even though these folks aren't here tonight I

wanted to put them on a slide because I want to make sure that we also recognize the work of our attendance staff um so these folks here that are listed on this slide are you know kind of the the meat and potatoes of the work that we do and with the support of their site level principle because they're really the ones that are are making the effort and kudos to this group of individuals because really from day one they've had an amazing can do attitude um they've asked questions they've collaborated with one another um we've gotten a chance to kind of learn and get some best practices in place from one another and help each other out um so it's just really an amazing group of people that have have gone above and beyond um

one of the things that I pride myself on is that we try to have those personal conversations so I sat down with each one of these attendance clerks as they were going through the process and just said talk to me tell me how it's going what's working what's not working what supports do you need and so we learn valuable lessons we make adjustments and we move forward so we've actually changed starting in Quarter Two we've changed kind of how we're producing our report um Lan cabales in our office who I also want to compliment did some amazing work and is kind of overseeing that now and we've just made it much more userfriendly for them uh just trying to be responsive to their needs so I just wanted to recognize those folks and their principles

as well so our next steps um are looking at increased usage our goal for second quarter is to be at or above that 50% threshold we think that's a very doable number um based on the things that we have learned um we're working on our improved systems that includes improved reporting and systems with Central support um again on that same vein of asking for feedback and input if you remember when we talked back in May um we had done some work going out and sitting down with teachers as we talk through the process we extended that same invitation to those teachers of okay now that you've been doing it for a while um we'd love to come sit down and talk with you we didn't have as many takers this round as we did at

the initial onset but got a chance to sit down with some teachers and hear what's working what's not working um and and suggestions that they have I mentioned earlier the site account of AB ility so principles are now able to utilize that data to have those internal conversations um I want to reiterate the point that principal Pierce made that um I mean I'm an educator at heart and yes I I want the dollars because it's good for our district but my heart says we're learning a lot about our system we're learning a lot about our kids and we're learning a lot about what's working and what's not and as much as we we want to be um open and respectful to our families and the decisions they make at times to take things like vacations

I think that it's really shed a lot of light on that component of but when we haven't been as accountable with our students for that makeup work we've unintentionally sent messages that when you're not here it's okay you know that that you haven't really missed anything significant and I think it's really been good for our teachers to think about how we better communicate that to families that hey lots of stuff happens in life and sometimes that family vacation is important but we want you to know that learning is happening all the time in our buildings and we want to be able to provide that to you outside of that so that's been really wonderful um and there's some great data analysis there with progress monitoring of usage by site as a district and of course

hopefully we'll have a positive impact on our ADM and be able to look at that 1.5 million surplus and you know bump that up and be able to do do right by our teachers with raises and positions and those needs that we have on our campuses any questions for me that's because Cheryl was so amazing thank you Cheryl all right thank you all right 9.2 any questions or comments on District enrollment numbers uh yes I do um I looked at the uh email you had sent us with the enrollment numbers and I compared enrollment from May to October by each site and some overall the district went down just a little bit okay but we know that's happening it's happening all across the valley but some schools three schools went up four went down and

one stayed almost even so I'm wondering again can we Leverage What the schools that enrollments went up what they're doing to help the schools where the enrollments are going down yeah we can take a look at it it depends I'm not sure what the schools were I mean it could be so as an example and I don't know if this is case but if it was Simington Andor Ranch let's say and we have new developments that have come into play and people are now starting to occupy those houses you're not going to really leverage the new new kids that are coming into the system because they're in the new houses if it's a different District that doesn't excuse me a different school that doesn't have that growth then but we can take a look at

it and see and so I I'll double check the numbers and we'll talk with the principles because off the top of my head I don't know you you may have them but I I have them here but I just yeah but yeah we'll take a look at it and and look at that and if there's something that we can Leverage leverage if it's something like I say based on on on growth patterns um we may not be able to leverage it quite to the same degree because I know that we're reaching out to families that leave and trying to find out why and trying to encourage them to come back maybe there's something else in addition to that that some schools are doing that others are't yeah and and and Mandy will be doing some

presentations on some of the things that that that we're doing a little bit different this year relative to uh some social media out out out pushes uh for um schools and trying to highlight what we're doing um that's in an upcoming meeting so that will be something else that that you'll be able to see and hear what we're doing we just started some new things like I think it was just before uh uh break end of uh September uh a new uh push to communicate with our families and stuff but yeah we can take a look at that good thank you all right thank you for providing that report I do look at it every month all right 9.3 discussion information of your proposed fiveyear District calendar yes so we had a 5-year District calendar

in the time that I've been here and so the five years is up this year we mov back out uh to go with the next 5-year calender uh what we did was put out a survey to staff our secondary students when I say secondary students that would be 7th 8th uh 9th through 12th um with the same set of questions and then with our staff uh so I just wanted to bring you the the results of the survey again pretty good uh return rate at 842 also nice to see that that our parents and Guardians were 40% of the return rate so uh we're we're getting out to our parents to see uh what their uh what they would like and what their expectations are in terms of the questions we ask we're trying to

get enough information to make it uh uh good you know enough detail for us at the same time you don't want to uh 75 question uh questionnaire about uh what we're doing with next year's uh fiveyear calendar um and you can see I'll be honest with you I'm surprised that the at the differential uh the ones I've done in the past in in in other districts it's much more in line with about a 40 60 or somewhere a little less than that so when we're running our lowest differential is 7426 and your highest is like 8412 uh that's pretty much uh a slam dunk relative to uh what the expectations are um I shared with you some proposed um calendars just so you have an idea the reason they're not in this agenda item is

because I didn't know what the discussion was going to be and I didn't want to place uh uh calendars out there that people might start grabbing and going ahead and making decisions on what they're going to do next year in particular for example um uh for when I'm going to have my vacation and then if there was a discussion with you guys or a discussion next between now and November and we had to change something um that all of a sudden it screwed up their vacation so that's the only reason that that's not in this this agenda item and it we share private with with you guys uh at at next month's meeting you will see the actual project those project uh calendars unless there's any adjustments that are needed to based on conversation tonight

we had some conversation with uh leadership yesterday that conversation was probably more relative to procedural pieces for our staff and the start of school prior to kids coming back so the framework of what you have in here so far with our leadership has not wasn't like anything jumped out um a couple not a couple things you'll you'll see again overwhelmingly people are I'll just say happy with what we're doing uh the big either or question was what are we do in Christmas if it falls on a a weekend and the overwhelming was to say go out Wednesday before not the Friday before um and so that was in there um and then the other thing that we're seeing that's not reflective in here but if you looked at the calendars this five-year Trend different than

the last five-year trend is the fall semester is significantly longer than the spring semester generally speaking you tend to see a longer spring semester fourth quarter is usually the longest the way the calendar is falling out you're actually seeing a a 49 48 type split in the fall not in the spring um and so not a big deal uh but it does crunch a little bit come the fourth quarter because you have to take a week or two weeks out during actually I should say both third and fourth quarter you have testing State Testing so there there is a little bit of crunching in the in the quarter but the reality is um the second big question we asked which is desire for school to end prior to Memorial Day at 81% that drives the

whole calendar we can have all the conversations we want but if you get to the Before Memorial Day and you start counting back 180 days it's going to drive your calendar so although lots of people like to talk about calendars the reality is that decision right there will tell you when you're going to start you can make a few adjustments here and there um whether you're going to go modified year round or you're not going to go modified year round but but that really drives the whole calendar if you want to do something different on that end cool but then you're going to do it on the other end if you want to do something different on the end then you're going to change when you're getting out um but so just note uh not

much that we can do relative to the 49 48 47 48 split um but it will be a little bit longer so uh that may create some stressors uh especially the first quarter because you only have fall uh Labor Day so you have a full 49 days um and that's issue in the fourth quarter you usually only have spring holiday and so you have two long months of April and May um so sometimes both kids and adults can get a little stressed uh on that part of the school year but it I mean the calendar is what the calendar is in terms of of how we place it so more than happy to answer any questions but I wanted to give you the data uh and then uh see if there's uh any discussions or

any questions that that uh can be answered um I I have some comments uh I looked at the percentages just as you said I said boy those look pretty good and then I went through and I read all those pages of verbatims and a couple of common themes came out and again you know given the constraints on the calendar I don't know if there's any way to accommodate what people were saying um some people said starting in July is too early let's start the first week of August instead and then by Memorial Day don't know if they're compatible or not um another theme was fiveyear calendar is too long because you know you're changing it all the time maybe we should not have a five-year maybe we should have a three-year calendar and I know

when I was in the business Community we tried to do five-year planning and it never worked we always cut it back to two or three years um another thing people were saying and I know people voted that they' love having the week off for Thanksgiving but other people were saying let's just have Wednesday Thursday Friday so maybe if you need a couple of days as you play with the calendar maybe that's a way to pick up a couple of days I don't know and and I'll we'll we'll build the calendar at whatever the board tells us to do I say that only bit but the the cautionary piece is when you're running an 82 a 74 76 a 81 percent in favor so are we making all the change so hey we asked you for

your opinion 81% of you said do this but by the way because and those 81% more than likely did not write a comment because even though we shared them with you nobody lots of people didn't put comments the other thing I've learned over time is that a lot of times people instead of just paying a lot of very diligent attention to a survey they say yeah it's okay and so you know that's why I wanted to look at the comments to see what that brought I'm just I'm not saying we should I'm just saying right and and and and I only say that because if you guys want me us a chance I mean we'll do whatever fight November so that's all I'm asking is is whatever you want us to do we'll do I

just cautionary because of the high percentage rates for approval yeah I understand uh a lot of people wanted two weeks for fall break instead of one again that that puts a time crunch on do you start earlier do you end later um a lot of people wanted the first day of school to be a Wednesday I know in my grand kids District their first day is a Thursday and that that way it gives teachers time in the at the beginning and the kids don't get stressed out with full five days um let's see they were talking about early release being a Friday instead of a Wednesday I don't know what the benefit of that is but a lot of people seem to indicate they would like that idea so those are just some of the

common themes I saw from the comments so I just wanted to bring that out and just on the last one I mean the reality is the the the um early release is irrelevant to the to per se irrelevant to the calendar so if you're going to go Wednesday or you're going to go Friday it's really not going to change the calendar so if if if as a whole the board or whoever said hey let's do Friday cool the all I know in some of the smaller communities I've been in the concern with Friday is everybody's bailing the because are getting out of town on a Friday and so that's why it's generally move to Wednesday because otherwise it appears like Hey we're giving you early release for PD but all we ever do is see

you getting in your car going out of town on Friday maybe a little bit different down here because you're in a bigger city uh but uh again if we want to move it to Friday makes no difference to me I just wanted to highlight what I saw as a lot of comments in those areas okay so trying to make sure that the uh Community is heard right yeah NOP I understand all right uh 9 point four discussion information regarding Asda updated bylaw recommendations this is uh we'll bring it back for approval next uh month again this is the work that asba has done over probably the last year I think the uh if you looked at all the information myor majority of the work was done by or the lead person on the committee was

uh a board member out of vale down in uh Southern Tucson down in the Tucson area um and uh so I there's a significant amount of changes my review of them although it was a high level review seems to be in response to any of the concerns that asba has had over the last couple years with some of their own internal uh operational pieces with either their uh executive board and or their executive director I don't see anything that jumped out at me that said oh oh whoa this is a little bit crazy um but it's really up to you guys and up to asba because it's a a board member organ organization or driven organization so uh unless there's a specific thing that someone read that said whoa I don't understand why they're doing

this I can't necessarily give you an answer I can give you a projection or I can call up someone at asba to ask but this is really driven by uh the executive board at asba asking someone in a committee to go ahead and make some recommended changes they' felt comfortable enough with it to move it forward so uh we'll bring it back next month but if anybody wants me to get more information on the topic or on a specific I'll be more than happy to look at it if there's a specific concern otherwise we'll just move it uh next month okay all right 9.5 discussion information regarding the changes of polic recommendations from asba policy advisory 801 to 807 again first reading uh come back next month this is just a second iteration out of
