it's six o'clock so I'd like to call the meeting to order uh president Stephen Ray is not here this evening so I will be conducting the meeting um I'd like to entertain a motion to adopt tonight's agenda I'll make a motion to adopt the agenda okay second I'll second that all right we have a first and a second all those in favor please say I I all opposed no okay it passes four to nothing okay let's stand for the pledge please I pledge aliance to the flag the United States of America to the stands Na indivis libery and justice for all right uh let's see we're down to item four on the agenda the approval of the minutes from the last meeting on July the 10th can I have a motion to approve please I
motion to approve make make sure I do this right I motion to approve the general board oh no I'm not doing it right I motion to approve the regular board meeting notes from July 10th 2024 okay second all second okay we have a first and a second all those in favor say I I I opposed okay it passes four to nothing oh okay you w here I'm sorry so it'll be three to zero to one exstension perfect thank you all right we're up to item number five superintendent report thank you Mr vice president president um had a good start to the school year I didn't want to let you know we want to thank the Coles Education Foundation they sponsored the breakfast this year uh for the staff um they're also uh uh starting in
September we do student of the month and there's a few changes to student of the month um the main changes um uh we're going to instead of using the character education or character traits we're going to use the the nine uh characteristics of The Graduate portrait of a graduate um and so just to kind of align with with what we're doing the district and also the uh the foundation is is going to be sponsoring uh the um student of the month uh going forward for a variety of different reasons so the foundation stepping up um also some talking about them next Thursday at 8:30 is the business breakfast the annual business breakfast we do uh actually semi we do two different business breakfasts with the foundation the one on uh next Thursday we'll have uh
the students from CT at the high school here to present uh and they'll just be around the room and each one of the different programs we'll kind of talk with uh our business partners and let them know what we're doing so that's 8:30 here in the in the boardroom next Thursday um Simington uh with new principal Melissa Lopez as off to great start they had a good uh meet the teach tonight uh they hosted a CH the walk event uh with positive messages that's a picture here in in the superintendent report uh they have boohoo Yahoo breakfast for the kindergartens that's a tradition out there at Simington um we also had a DreamBox summer math challenge that was uh put on by CIA and it was just to help kindergarten through sixth graders uh keep
their math skills up and so we uh had a number of different uh activities and and kind of highlighted them throughout the summer 120 kids participated and took 20 66 lessons um most the participants were third grade um and second grade students completed most uh lessons in ranch uh students completed the most lessons of all the different uh uh schools 867 and uh I know uh Dr Fountain went around with some different people to to celebrate those kids that did well so that was a good summer activity for kids uh tomorrow I believe is the 20th day so we have our 20-day challenge uh we will go ahead and give you some reports uh over the next couple months as to what attendance looks like but it was a way to try to really start
kids off uh attending school and and uh uh being uh in school and understanding the importance of school uh it's not just a 20-day Challenge and then you go back to the norm so there's activities and things that we'll do throughout the year to try and make sure that attendance becomes important for for kids uh Mr scrogin reported that the certified nursing assistant program uh received approval at uh by the Arizona State Board of Nursing um and that's uh probably one of our stronger uh programs uh and um there is some uh uh some work being done at the new CAC campus up at uh AJ I met with someone today and and there may be some potential for kids in that program to to go on and get their Associates um uh and so
uh it's just a really good program that that is being built up a lot of different ways and and we thank uh the instructor uh uh Christa riling and Jillian Fulton who's our program coordinator and obviously uh um Mr scrogum for everything to do with that uh I know coach Graham's got several different honors over the years over the year uh for the boys basketball program you got another one this summer as part of the Arizona Republic's Awards uh Harmon start off the year with scavenger hunt ptso meeting uh hosted an annual uh night scavenger hunt uh and so that was uh SU successful as they got a chance to go around and and solve a bunch of of different uh riddles um Kona Ice they ever popular Kona Ice was there at there at
several of our places uh Mr Quinn brand new principal at uh uh Ranch also working on attendance and looking at their numbers uh and doing a a great job uh with uh uh the kids coming in uh Miss dunker couldn't be here tonight but with Ellsworth uh they received a vsn Corporation donation um of school supplies collected through their drive for the teachers staff at Ellsworth um and they continue to also work with their rise code and earning uh uh points through that CMS had their house news again if you remember uh Mr Ridge presented last year on the house uh program they have down there and they were able to take the 350 new kids that are in seventh grade and spin them into a house um a couple of um uh a week
ago to at the very beginning of school and then as part of the dream dream boox Summer Challenge Mariana Montano uh was one that earned first place down at the middle school CCS continues to have success they're still graduating some kids um over the summer and even into I think uh I don't know Dr gby this week or was last week they just graduated somebody uh so there are 100 kids graduating for the class of 2024 and I think that's just a testimony to what that program was designed to do catch those kids that may otherwise not make it um and we got some new seniors working on there and a new social worker um CTA Miss schaer's got a great start she's uh pleased with everything that's happening they're hosted a fantastic welcome back
luau dance to bring the families and and kids together um and uh everybody's just been uh very very positive and looking forward to their campus curriculum tonight uh the seniors had their annual senior Sunrise uh uh at the high school and so I think it just speaks to overall it's been a very very positive um start to the school year and we're excited you will note that there are a number of different activities or or events that are happening um upcoming I won't read them all but you might want to take a look at them uh please let me know I think we put something out the I believe it's the Thursday and Friday after Labor Day is the annual asba law conference I know Mr Ray is going to be there Saturday for the
delegate peace but if you're interested in that one please let me know and and let Judy know also uh J September 9th which is a Monday is the uh East Valley School boards uh group that meets on they were going to meet they meet every fifth um one the month has five five Mondays but I think there was an issue related to August with the 5th so they pushed it to the 9th of September just as a random date but if if there's interest just let let me know I'm not sure what the agenda is or anything like that but but let me know if you're interested it's at Higley so it's not the 31st of now it ended up changing it to the ninth uh a little bit off on that one um but
uh just let us know and we'll get you signed up and that's what I have and the September 9 is it's a Monday night Monday night yes it's still a Monday night but for I think there was a conflict for a bunch of school districts on the 31st so they they just chose a different night okay all right thank you thank you for the superintendent report uh next is school and staff recognition okay we'll start with um uh student services I don't know who's coming up but they're coming share this AP good evening board good evening Dr Wyman Judy community and colleagues I present to you Terry our silver Apple award winner tonight he be blue so blue woo woo yes I'm going to tell a little story here so humor me so many many
moons ago in a district in a far away land I used to work and I heard of this somewhat of a legend teacher and his we're his name kept coming up at District here and there really good educator from what I understood I never worked with him however Dr Fountain did fast forward to now so last year we had a position open for an elementary and a preschool program specialist Dr fountain comes to me and says hey I think you have an applicant and I think I'm gonna bet you she's pretty good okay turns out that she is Mike Weaver's daughter uh oh okay I know that name so she comes in and on her letter she had said that she is ready to take her talent and her experience in a New Direction she'd
been working as a preschool teacher for 20 years and she was ready for a new challenge and I can tell you from the day that she walked into our team she fit like a glove her passion her enthusiasm and her dedication to all the campuses to the students to the the parents and to the staff is amazing no one really Compares except for some of my other team members and I will tell you it has been a blessing for us and combes is truly fortunate to have that change in her direction of what she wanted as an educator to take that path to us and I will tell you Mr Weaver Mrs Weaver husband she is a beautiful person they raised a beautiful daughter and a tremendous educator and I believe that Terry is that
person today because of her family so I just want to say this is Terry and thank you for all your service [Applause] and we'll ask Karma to come up for her presentation Dr wman um members of the board colleagues and community and audience members I'd like to thank you for this privilege to recognize a member of my staff in the food and nutrition department so the best way to get the ideal excellent coworker is you find somebody that you admire in the community you find somebody who goes above and beyond in everything they do and I I saw that in my neighbor when I first moved into the neighborhood Laura saw um I watched her put extra effort in everything and so I'm like would that not be the perfect person you'd want to work
with and she has been an employee of the joles district for 19 years and I have watched her not just do her job but always go above and beyond she has been at every single one of our schools except for the middle school and I might send her there on her last day just so she can say she has been all of them and she's always gone there to fulfill a need um supervisors have asked her to go there's a need at the school and she's gone willingly and um switched she has been to Harmon three times I think of it as her home school because that's where she started she came back again and she's back there again um she not only um she just does more than I seen anybody else do during
the pandemic when we didn't know what we were doing and we were a crazy mess um there was only a few who stood up in the food and nutrition Department to serve curbside meals and she was one of them that's when she was at Simonton she was there she helped organize the team she helped get the meals out helped figure out what we were doing um last year was a really hard year for food service and I didn't even have to ask for her help she just came to me she's like this is what we're doing she's like I've already been at the high school I've already filled the spot as what I left out is when she was at the high school was shortly before the C pandemic and then shortly after and we
were serving double the meals than we have ever served at the high school because we had all of the covid exceptions we were on universal Mills and she was doing it with the smallest staff we've ever had at the high school they didn't go home tired they went home exhausted and I had the privilege of having a front row seat watching her organize the team she would give them compliments she would recognize them she would tell them to go home put their feet up get a good night's rest and please come back and they did and when she saw them walking then the next day she greeted them with the best welcome because they came back to not just be tired but to be absolutely exhausted and fulfill need um so last year we started
at the high school with one employee and the current manager she had to re resign just a few days before school and so she said this is what we're doing she's like my team they're good they're good at Harmon they can they can survive a little bit without me she came to the high school she's like I'm going to be the manager I'm going to be the cook you get in that office to hire some people and I will train them and we did we got through it we borrowed some staff member from other school but I just here tell you that we would not have been able to feel feed the kids at the high school last year if she had not just come to me and Stu and said this is what we're
doing um she's been known to kick me out of the kitchen a couple times and when she sees me put an apron on and if she had a tagline it would be no problem and I know if she ever was given a task or a project or assignment there was never worry if it was going to be done because I knew it was going to be not done but well done and um she she kicked me out of the kitchen she says go do what you need to do um she not only do we serve the kids and feed their bellies so they can go back and learn but one of the rules that we also have to do is we had to teach them we have to in the few minutes that they fly
through our line teach them and she goes above and beyond that she used to have big packets and the kids would be so excited to come see the packet they had for her she had had for them and then when budget came down we're like you you got to stop copying so many packets that's a lot of paper and so she took it to the bulletin board in her room and she in the cafeteria and she put up a cross word puzzle and I remember seeing the kids come in and they were trying to figure out what the next word was and I don't know if it was monthly or every two weeks or often but throughout the year another word would appear and the kid I told you that was the word I told
you it was and then they would start working on the next one um I had the privilege of being at the high school after she left and how she impacted the kids there coming out of covid and everybody was hiding in their houses kind of in a cocoon she cut out I don't know how many hundreds of butterflies and they surrounded the entire cafeteria and she put all of these positive words up and you would think that the high school kids maybe didn't notice it but after she was gone I had the privilege of standing in the line near where the kids were coming in and there was a brand new student and he was talking to his friend he's like oh you should have seen it last year it was amazing they were these
butterflies and they went all the way around and there was all of these they said these things I can't remember was but it was really cool and it was just so nice to know that the little impact of coming in she had made a positive impact on them and so I didn't ask her to come up here because I knew she wouldn't want to stand up here because she doesn't speak seek the spotlight and she won't understand this because I didn't bring any flowers but out of absolute most respect for her and how much I admire her and who she is put my claustrophobic feet in my pretty shoes you want to come up and [Applause] best I also forgot to mention that she's think she's retiring I'm still in denial but she's this will
be her last year [Applause] all right um that's down to board minut or to board member comments so I don't think we have any volunteer recognition this month nor do we have student of the month is that correct caser do we have any governing board members with anything to report no okay do we have any public comments no public comment okay uh moving on to item seven the consent agenda any issues that you would like to talk about regarding the consent agenda uh I don't have any no concern any question Jason okay well he's looking I have two I think you'd be disappointed if I didn't have any I would I know one is a nickel problem well I'm going to find out your your eyes were detail um on item 79 the bid for
um the Auditors uh my question has to do with I recognize it's a fiveyear RFP with renewable every year how does the cost of this renewal compared to the cost we're paying now okay so and so it's the same audit group we've been using all this while good good I like them okay and the other one I had was item 713 the overnight Endor out ofate travel I just want to compliment the people who submitted that that all of the student to chaperone raoes are correct and every month I always find an error so good job this time around and that's all I have for the consent agenda so um can I have a motion to approve the consent agenda I'll make a motion to approve the consent agenda okay second second okay Jason second
all in favor say I I all opposed okay it passes four to zero okay let's see next is item 8.1 discussion and consideration for approval of fiscal year 2025 Capital plan good evening acting president governing board members community members and colleagues um agenda item 8.1 you know how I love to spite to spout regulation to you ars5 2011b requires that the governing board approve a capital plan annually for submission to the Arizona facilities oversight board no later than September 1st the capital plan is a compilation of data including student ADM projections open enrollment students new construction projects and District owned vacant land this information is used by the sfob to determine eligibility of future new School sites the FY 2025 plan was completed using our current enrollment information as well as the independent study previously
contracted through applied economics are there any questions about the form that was uploaded it's pretty basic and dull looks like the ones we've seen before yes sir anybody have any questions on on that no okay so then can I have a Mot motion please motion to approve the fiscal Financial 2025 Capital plan as presented second second Jen thank you all in favor say I I opposed okay it passes four to zero item 8.2 discussion and consideration of approval of the 2024 2025 employee evaluation instruments again this was brought last uh um last month as the informational item and it's something we have to do every year and so I would unless there's significant questions again there was no real changes to it because of the evalu excuse me because of the surveys that were done
at the end of last year they're effectively the the same uh and so I would recommend approval as presented so so if we approve it's for all of these all at approval all at once okay um any questions this is just the forms I used last year yeah it's it's the same instrument uh talk about this that they retreated all D any of these items no we talked about that we did the we did the survey because you guys had asked for us to to check with the the the teachers or the staff members and the overall the surveys came back uh for those that filled it out was saying they generally approved of it um more positive than negative always a few negatives uh in most cases the comments were were related to especially
with the teachers that uh the detail allowed them to really demonstrate how they could shine in particular areas so they like it I felt like we had a pretty good discussion at The Retreat yeah um there were some really good things talked about so yeah and there's there's some things that we're working on at there when we do the u u strategic plan you'll see some other another piece that talks about this in the Strategic plan so we're continuing to build on it relative to Front Line teach seeing that it's helping them show that they're shining because I know sometimes evaluation pieces can be so negative and make you feel horrible no matter what happens and so it's good that the teacher saying hey this allows me to show you how good I'm doing so
that's that's kind of good to hear all right other comments all right no other comments I'll entertain a motion I'll motion to approve the 20242 employee evaluation instruments as presented second I'll second Okay shallel we okay all in favor say I I I opposed okay it passes four to zero item 8.3 discussion and consideration of approval of theou with Dignity Health yes this is just an agenda and what we have is Mr neel's the athletic trainer up at the high school he puts in mega hours uh and so what we've tried to do is is work with Dignity Health starting last year so that if there's times where he can take a break uh for example maybe winter break or Spring Break um they we contract with them and they can send a trainer out
to us to go ahead and cover while he's gone so that he doesn't miss out on on all of the uh vacation time especially I think he's got some a couple young kids um it's a very uh very good pricing um based on what they charge compared to other districts I've been in so I would recommend approval again we don't use them on a consistent basis but we use them as necessary to support uh Mr neelon and make sure that that we don't burn them out with three seasons all the time so I recommend approval comments questions I don't have any no no no okay I'll entertain a motion please I'll motion to approve theou amendment to extend the agreement with Dignity Health to continue to participate in dignity healths sports medicine program second I
second he Jen thanks okay all in favor say I I I opposed it passes forward nothing item 8.4 discussion and consideration of approval of the Arizona School Board Association draft 2025 political agenda and direct the district's delegate to the ASB delegate assembly to represent the board's determined position so this was sent out to you guys a while back and so it's really up to you to it could just be we're in support of of the agenda and So based on any voting that takes place at the de delegate assembly um uh at the law conference uh just that Mr Ray would go ahead and vote vote in favor if there's a particular item that you're as a board you don't feel he should be vote in favor then you would just uh let him know
uh in that case and so it could be very simplistic one I can answer questions about it but I don't have all the background I think uh my review of it is it seems to be very very similar to the past years's which which given the diversity of of school districts in the state asba tends to have to cover a very broad base for different districts around the the state it just gives them the guidance so that when the legislative session starts up next January uh based on particular bills will the AOC ate for against the bill well they'll come back to this political agenda and based on that they'll either Vote or advocate for or against uh for a particular particular bill um it's hard to say what the bills would be like in
January uh um so it's again a guidance uh tool that uh Mo most of the organizations not just in education but most organizations that are membership based use to kind of guide them to know what they what they need to talk to legislators about uh as they move forward I don't have any issues with it anybody I thought there were some things interesting as I look through um 14 fully fund kindergarten as I look at all the things it's like where are they going to come up with all this money and who's going to pay it well in this room we're going to end up paying all that so that was interesting to me um interesting to think at 17 was providing funding for overcrowded schools instead of waiting till they're busting at the seams
they're trying to I thought that was interesting um 6 116 District authority to provide affordable housing options I know that in the district I'm in we you know we have some people that have come from other countries and here in Colmes we also have people from other countries I don't if that's ever something we could offer to them as incentive or and that's so I don't know if that's maybe it's the some of the Native Americans or they well right now the way the law reads is the the law allows for teacherage it's called teacherage which is teacher housing but the the two CR criterias in the law right now are um uh either on the reservation there's one law that speaks to the reservation and there's another law that speaks to rural okay uh
I actually met with uh legislators last fall um to to run some legislation that would expand that because there are any number of places I know uh down in Central Phoenix uh in some cases there may be an apartment complex that that a district may be able to go into and purchase that could then be used for housing it didn't go it didn't it didn't get Beyond legislature but that's why they have these because if all a sudden that bill comes up yeah um to be honest last year the person we were working with was Democrat so it didn't that particular item didn't get a hearing this year depending on what the makeup of the legislature is it may get a hearing so that's where they're broad like that um that fully funding kindergarten that's
been on there for the 25 years that I've been doing this and so some of these have been repeated year over year over year uh because they haven't made progress on them so these this what we're reading is is not saying this is the law this is like an overview of something that could be right give it a summ yeah this is the give direction this is the give direction and then when bills come they'll look at every Bill and see how does it fit and if it fits in there then they know to Advocate yes or no against it um so it just gives asba direction for for how to advocate for bills uh with the legislature well saying that it's trying to cover so many situations around the state is why there's so
many different I mean some of it doesn't even apply to our district at all some of it so I can see other rule or outreaching areas that might need extra support in different ways and that's kind of thoughtful so this still seem like a anyway yeah um other comments okay um what I noticed is that they I think they cleaned up some language um there were some inclusions of things that had been left out like in one area uh CTE had been left out and it was it was inserted um things that no longer apply were taken out things that we don't care for like how prop 203 is being uh implemented so there are things that I think all of us are looking to that would that we'd like the legislature to do but
this is just what asba is going to recommend the our policy position so Stephen I believe is our delegate to the assembly so he would be voting on this at the assembly on Saturday sat okay I think I can fully trust Steve I think so too yeah okay so any other comments or questions okay that if someone could make a motion Jason you're on a roll I know I know I just sometimes when it comes to political stuff I get a little hesitant but I'll motion because I trust Steve I motion to approve in whole or in part the draft 2025 political agenda the Arizona School Board Association which is asba and direct the district's leg delegate to the asba delegate assembly to represent the board's determined position okay you have a second I'll second
okay Shelly seconds all in favor please say I I I opposed okay it passes four to zero item 8.5 discussion and consideration of approval of the retention stien this is uh what we've used esser's dollars for um for the last couple years this is the last year we can use them normally we bring this to you in uh September uh the idea is to anybody that was working for us at the end of the year and still working for us now um will get paid we try to get through the end of the nine weeks and that way they least stayed with us for nine weeks uh and then we pay out in October this year we have to do the this agenda item because the ESR dollars must be spent prior to September 30th
uh in effect the list is there um it would be effect of September 1 so if some somebody quit on us before September one then we wouldn't we wouldn't give it to so even though you have a list of people if there's changes but they have had to have worked with us as of May so it is truly a retention styp and um so I would uh recommend approval as presented comments questions good anybody no all right then I'll entertain a motion motion to approve the one-time retention stien for all eligible staff and allow Administration to correct minor errors and omissions as presented second I'll second okay Shelby second all in favor say I I I opposed passes four to zero item 8.6 discussion and possible action to adjust the 20242 course fee schedule this
is just uh the high schools asked us uh they're having some issues with replacement or parking fees uh or excuse the the parking permit replacement fee if they lose their permit and so the request is to uh increase that $10 to account for uh kids if they happen to lose the the permit uh and so we're bringing it forward for a a change so open to any questions I know uh Miss lus is here so she can also answer any questions I have a question can't would you charge if people lost the permitted fee for their losing their permit instead of charging everybody am I understand no no no it's it's for it's only for those kids that get that get a permit if so if I get a permit right um and I lose
it and I have to to go get a second one then that's would be charged so I have to I have to be driving and parking a car on campus any kid that's not driving or not parking a car this is not applicable to them it would just be those kids that that purchase it at the beginning of the year if they lose it throughout the year then this would be the the replacement fee for for that one I was asking not everyone is penalized no it's you lose your permit you yeah right you you only pay for yeah you only pay for it if you lose it so those parking permits are outsourced anyway right yeah okay just curious how many people lost and had to replace their permits last Academic Year any idea
come on come on come on come on come on just curious oh that makes sense in my in my prior experience in other districts I haven't experienced thatare so the question is is $10 enough yeah because because if you're paying 50 to start with and they pass that to their friend and then they pay 10 for replacement two people have it for for $60 instead of for $100 do you even know how much it costs to replace like how much is it when we get them from we buy them in to per like five I see okay because we buy them so I guess we can start with a $10 replacement fee and see how it works and if it's still an issue we can vot to I'm not saying that has been an issue
it's something I've experienc and reason they had a repl was associated and they were more of your mindset okay guess it teaches responsibility yeah all right sounds good comments questions okay entertain a motion I motion to approve the updated 2024 25 course fee schedule or is that on the right one yeah yeah it's there all fees are under the course fees so any kind of fee that's pertaining to the parking yes permit replacement second I'll second all right Shelly be Jen sorry Jen okay all in favor say I I I I opposed it passes four to nothing okay down to item 9.1 discussion and information on student achievement the August report nothing don't don't no pressure was told to make sure i' turn the clicker on before I start so members of the board Dr
Wyman Miss Wagner audience members colleagues I have an update to share with you for our department around professional learning so we launched the year with the new employee orientation with that we had about 50 certified employees attend we had uh breakout sessions on the second day around our uh learner centered culture Vision code Sops those kinds of things in the morning and in the afternoon we had role specific support as well as content support for our people um at lunchtime we were able to give time for principles and coaches to collaborate and Karma and her team so they're here we can thank you in person for all of their hard work um preparing meals for both days for our new employees that was they were very thankful for that uh we had professional learning around
the Coles vision mission core values and the foundation of PLC which is our Focus for the school year uh we created a resource fter in Google Classroom because feedback in the past has been if we give them tangible things that those tend to get lost so they wanted something they could come back to and then we handed out a survey again this year for feedback from them and some of the the things this is an image from one of the sessions we had for our new employees um they said they really liked learning about the core values and the portrait of a graduate which the core values piece was new a new component this year um they appreciated having that time to go over their curriculum resources getting to know their support team and then
again that that uh time to spend on what our vision is as a district so they kind of knew what they were getting themselves into so that continued support system through the year for our new employees is I've already met with most mentors either virtually or through I did a recording like a flipped classroom sort of thing to launch into our Mentor program for year one and year two teachers we have our content Specialists on campuses more frequently this year so that support around those content pieces they learned about is happening and then our instructional coaches are continuing to reinforce that Vision code Sops that they learned about and then the induction program I've shared A needs assessment I'm reviewing that to determine what their needs are for professional learning they are all partnered with
a mentor and I was able to visit almost all all of year one teachers but almost all of year two teachers within the first 10 days of school just to do a check-in and see how things were going then we move on to our professional learning days so the the first day was a work day because of those essers dollars we were able to provide that workday again like Dr Wyman said that that phase is ending so next year might look a lot different um the first day of professional learning was on Friday the 12th and we used that same one to four scale and um what I was excited to see is their rating was a lot higher this year on the professional learning provided it was a lot closer to the four and
the feedback from the first session that we had around unit math apps and dream boox products which reading was new this year was very positive our CTE Department got to have training specific to their needs um they really appreciated that our student services groups again had tailored time to work on what their needs would be and the did everything you attend give you what you needed to to launch the year and overall everyone said yes for that the qualitative piece of that was just some narratives that I wanted to share with you uh they really appreciated that time to unpack their standards the electives teachers were all together um vertical articulation so they really appreciated that time and collaborated well again CTE they just were very thankful for that time and working with John we're
going to continue that in October they'll have a session catered directly toward their needs and then student services they all found that time valuable in order to support their their groups of students and then they had the weekend off and we came back on Monday and this year we moved the second day of professional learning onto their campus so they were able to have their campus resources right at their fingertips because that's been some of that feedback we've received and these were more of a yes or no type of of a scale um they were able to develop Norms with their teams they were feel ready to launch the year based on their standard or standards or competencies they also felt like the time was beneficial and then this last last piece was what support
do you need and overwhelmingly they said just more time to collaborate with their PLC teams which is something they do on the Wednesday early release days and again just some of that narrative data the elementary folks um felt like it was very productive they got their first unit planned for the most part Middle School teachers in the math department were creating those norms and planning to teach their first unit and then the high school were very thankful for that time to to to work and and get everything aligned and ready for students and student services also felt like they had time to complete some plans on Second Step thread assessment and they also were able to collaborate and begin figuring out what their student groupings would look like one concern just to share that was
it was brought up in several different places was that some staff members didn't have their full PLC because people either had vacations planned or maybe chose not to come for one reason or another since they were optional days so we're hoping that with that shift next year we won't have those people feeling like darn I wish my whole team was here uh and then moving forward in October we're going to continue that PLC Dr Fountain likes to say Sesame Street mentality so this year is brought to you by PLC we're going to continue that work and again through January and March for that planning time for staff what questions might you have questions I I have one sure um we're about a month now away from all of this training that had gone on and
you said you'd seen all the first year and most of the second year teachers what concerns are they raising to you in those meetings you're having with them they really have not established concerns per se they're more just thankful that they have those structures in place and they feel like they're planning with their team has really given them that ability to Just Launch into the year and they don't feel like they're behind if that makes sense but I haven't heard specific concerns from them at this time well that's good okay anything else no all right thank you thank you this highams coming up okay item .2 discussion and information no oh I can sit back down oh no I'm sorry I I didn't realize you were the you are part B I apologize okay um
to start the year here with assessment we're just going to talk briefly about um kind of our plan our road map if you will for the year um we are still in our very first assessment period so data will be coming but not just yet um so we took a look at the assessment calendar really um kind of trying to ask ourselves a few key questions um looking at the data we obtained in the last year um we were looking to see if we could get some more consistent and reliable information um we wanting to continue to create a robust system for all of our students k12 and really looking at those opportunities um for everyone and then looking to um make sure that the assessments we're giving are giving information that we find valuable
and actionable um in moving forward so some of the things oh look at that some of the things that we uh looked at kind of changing a little bit so with fastbridge we give that three times a year um the window previously was about four to five weeks long depending on the the time of year so um what we did is we really shortened that time up and we moved that Ela and math period a little bit earlier in the year so we could get that data right away to um use to make those intervention groups for our students and get moving on that more quickly um that combines with our Sabers assessment but that assessment asks students to be known by their teacher for at least four weeks and so that later window made
makes a lot of sense for that test so we kind of put those separate on the the calendar to say we can get this information for academics now will let you get your to know your students and then you can do that evaluation a little bit towards the end of the month so that window will be opening next week for the teachers to work on that so we made that little tweak there we made a change um to the a ASA practice forms um again we shortened those windows just a little bit from that four to five we range to more of a twoe range trying to get some more consistent data from campus to campus um and this year our ccs students in the Middle School are participating in those assessments as well um
and so that has been new for them and then with our Civics window we looked to kind of give a little bit more clearly defined Windows there as well in the past there was a um one kind of early in the year window for the students in 9th through 12th who hadn't finished or passed that assessment yet and then it was just kind of you take it when we can so in an effort to get more students to pass it prior to senior year we made two windows very clearly defined in October November so that we can try to get those out of the way if you will for those students um and get that senior number down a little bit um for less less students having to take that as they move forward and
because I like to color code things I don't know if anyone else finds that enjoyable but um uh we just made a little a change in how the calendar looks but then also created a digital version so that can be shared with anyone so they have it at their fingertips and then as changes are made they're updated for them regularly um we also made a few additions so in the fastbridge um Lane some of the feedback was that the teachers wouldn't always remember to do the training videos or that wasn't very clear so we made sure to include that in the very beginning of the school year we aren't assessing yet but please do this part so that you're ready to assess um and we created a progress monitoring schedule to kind of give everyone
a guide in terms of what that could look like for the school year um and that was a lot of feedback from our reading Specialists and things like that um that that could be helpful so we created that and we made some additions to our science um and writing with aasa we kind of piloted the 11th grade Science assessment last year and that seemed to go pretty well so we implemented that this year for those grades that are testing on the Science assessment so fifth 8th and 11th grade we'll have that practice prior to taking it in the spring um and then some of our campuses were looking to do some more practice with writing and so we are going to be creating um an optional uh at this time assessment but publish that for
those campuses that want to use that we didn't want to add too many things too quickly but also I want to hear what their needs are and be responsive to that um and then as we continue to have discussion around that robust system of assessment what does that look like for K2 we'll continue to talk about some of those things so that students are a little bit more familiar not everything hits in third grade all at the same time we implemented act um the Horizon practice test uh the high school took it today for the first time and at Miss gby uh school they took it um this week as well so that will give us some information on how the students are doing or predicted to do on the ACT will allow teachers to
um react to that information and a lot of the skills that are practiced within that assessment aligned to our portrait of a graduate skills so um today for example after the assessment they had some reflection time and the kids were able to kind of Express how'd that feel how'd it go where you you at with this what might your teacher be able to do to help you feel better with this in the future so I just saw very little prelim uh data if you will but it's looking um really positive the feedback from the students so far and then just some other little tweaks that we made sure to include on there um we provided a little more clarity hopefully on those um assessments and assessment training dates making sure that those are well known
prior to um State Testing coming up making sure that early kindergarten testing and the retest for the summer uh move on with reading student is also on everyone's mind and and there and available so as we move through the year um like I said we're currently in our first assessment window that ends on Friday so we will start looking at the New Year data um we will be having some more conversations about um assessment to different assessment types that's been part of the professional learning and part of our discussions in PLC surrounding how do we know if students have learned the information so helping teachers to see what that can look like um through those unit plans that uh Miss Murphy had mentioned and then we're going to continue to build on the use of
all the platforms that we have so illuminate is a pretty robust system and um as I've gotten more familiar with it there's a lot in there that we could be utilizing um that we aren't so one of the things um that came out of the CTE professional learning was that those teachers would love to have their standards in that system so they could also create assessments so we were able to add those standards um working with illuminate into the system for those teaches um we also there's a lot of pre-built assessments within the illuminate system um that can align to some of those Unit maps so we're kind of going to investigate a little bit more time into those see how we can support teachers and students with those and then um we're working with
them as well on educ climber have a meeting coming up in the next week so that I can learn more so that I can push it out to the staff but that's really A system that kind of house all of our information um help our students through the mtss process as well as kind of be a spot we can go to get whatever might be needed for that kiddo um attendance information discipline information testing information so lots that we are working through questions that you might have in terms of assessment questions I have one sure I don't want to disappoint you I was hoping one of the things we've talked about in the past is students sometimes not taking these assessments seriously and for whatever reason what are we doing to try to get them
and encourage them to do the best that they can yeah there's been a lot of discussion around that um I'm going to use Miss lus in the high school as the example when we were talking about this New Horizon test and high schoolers don't necessarily love that idea and so um they they've done a lot in terms of communicating with families that this this is coming and here's what what's going to happen I know they're working on a a contest between some grade levels to kind of get the students there some of those reflection pieces asking students to think about well how is this valuable to me what am I going to do here what do I need going forward so really trying to build some of that into these systems um as we move
forward so definitely have a lot of conversation around that and I'm sure we still will continue as the year goes on anybody else no all right thank you wonderful thank you sorry I jumped the gun earlier now we're up to 9.2 um discussion and information on the combes high school Arts proficiency seal Dr fat all right I think we have a excuse me a handful of slides here that we can go through if you'd like but um this is just an annual piece that we bring back to the board for your approval um we have historically been doing the state seal for Fine Arts at CHS already it's just time for the annual renewal so um Mr Hill on behalf of the high school is the one who's submitting that to ad one of the
components is to have your approval for that um we're still looking at and we have embedded in the course guide a couple of the other seals would like to see those started at the high school this is part of the CCRI the College and Career Readiness um points that we get as part of our letter grade so um although Mr Smith does a nice nice job with the Fine Arts piece it's a small part of our population so we really want to look at a couple of those other components um I think we're meeting Friday morning at the high school to talk about some of the other CCRI pieces that we can attack to try to boost those up um ACT practice test was one of those components we were looking at to help get
our students ready for that assessment uh trying to boost those scores a little bit uh but this is just a great option for students to um to get that diploma seal now you said you need our approval because if we need it we need to put it on the next month's agenda right so we can vote on it yeah but again because we've been asked to bring it twice we bring it both times okay just want to be sure right questions comments no I think we're good thank you try to be straightforward yes okay item 9.3 discussion and information on the 2425 District student enrollment numbers so we uh uh put out the report last week to you guys um and so really this is just an opportunity for are there any specific questions is
there something different that you want to report uh and initially uh in my conversations with Mr Ry I had had a memo ready to go he asked me to go ahead and use the form again uh because it was only two weeks that was why I was going to use a memo as opposed to the end of a a full 30 days um so we just went ahead and and I asked him some questions based on some of the comments last towards the end of the year that that Mr Beach and and Mr Dela had so we made those changes and so now the the the big question just is um is that what you guys are looking for and we'll continue to do it it'll come out again uh at the at the beginning
of the month reflective of the previous month um and in this case just a a comparison uh what you're going to look at is comparison against May and then throughout the year you're really looking at comparison against the against the the month um there are multiple ways to compare the data uh so we don't want to get too confusing but but there are at least three different ways to compare the data but uh and talking with Mr Ray at that point he just wanted that so unless there's something different that's what we'll proceed with uh but just give you an opportunity if there's something specific you need me to answer or there's something about the report you want done differently then more than happy to help out comments questions no personally I I like the
format I thought it was easier to read than in the past uh one thing that kind of relates to the report um students that have not returned to our district right I know we've been doing Outreach trying to find out why and right how's that going uh it's it's still it's it's a mixed bag we've we look at uh we're doing a little bit better job than we did we we've working on it since last year about identifying where they're going and what and and checking the appropriate boxes within within Synergy when they leave those that will tell us and some cases they won't tell us for a lot of reasons uh I can't remember all the numbers off top of my head um but I think we had like 66 kids that went to
to char schools around the area can't say I know it's broken down but off top of my head I can't remember whether it was maybe half of them a little over half that were ala uh then there was Ben Franklin and some other ones uh some kids to um QC schools uh we had 14 kids that moved out of state um and so so we've looked at that data pretty I'd say pretty consistent with what we've seen in the past the biggest thing I would say is that uh we had about 583 kids that left us between May and the beginning of the year but given that our numbers are pretty close to what they were in May that means we had 583 kids that came in uh and that Mobility is is really something
that we're we're still seeing a lot of uh kids moving on a regular basis at all grade levels it's it's not uh relative to high school as an example um for lots of different reasons so we continue to track it to to try to get a feel for where these kids are going how long they're out um uh and uh so we have an idea where they're going but not in all cases because the the parents uh won't necessarily respond we tried the the surveys last year spring and and we had a very very low response rate so we'll continue to work on it uh but but I'm not going to be able to guarantee that we'll get solid solid numbers okay all right thank you other comments questions okay uh next item is 9.4
discussion and information regarding changes to policy recommendations from asba policy advisory 7928 first reading yeah so this is uh uh we'll bring it back next month for for approval uh be more than happy to answer any questions on it either now or in between the time frame what I will tell you as a general rule this is the policy advisory that fixes based on the laws that were passed at the last legislative session so irrespective of of what our personal feelings are or not with some of these they are what was passed probably the biggest one that that is a different change as an example was the one that now requires uh school districts to not give out their um uh contracts until March 15th or later so there was a concern raised that that
uh we're giv them out in January we're given out the end of January beginning of February and so uh a bill was run uh that said no um there's too many things going on uh teachers don't always have an idea what they want to do next year so the new law says that we cannot not uh distribute our uh contracts nor can anybody else in the state until after the 15th of March um and so it's that kind of thing so that was passed it's now a policy they're going to have to change the policy to reflect that new language it's not going to be a big change sentence or two um but so again Mo most every one of these is related to pass legislation so more than happy to answer question tonight or
between now and and next meeting comments questions no okay let's move on 9.5 discussion and information uh of aao and Ironwood Holdings LLC developer donation agreement so as you know we have developer donations agreement it's not required under statute uh but many of the developers work with school districts to to pay what we would call rooftop fees um what we do in this and the reason this will come back next um a month for approval this is the land uh that's where the um uh clubhouse was right there on acate right by the Ace Hardware L um so it's just that little corner of it it's not all the other buildings um it is the H rentals um or lease no rentals that they do kind of like the homes they put in on either
side of Al it's it's that new kind of building uh the one difference I will note so you're aware uh we reached out and looked uh to what was happening in other districts in a normal setting we get 850 a rooftop and a traditional single family home uh if you donate land it goes down to I think it's 550 if you are uh age restricted community like in canara it's 250 so these guys were falling in between so as we as we work with this developer and check with what other districts are doing uh we're only charging them for two and three bedroom homes because one in studio there's a chance that they don't have kids um and then the adjustment is to 375 which is pretty consistent with the other districts uh that we
spoke to that that are doing this not everybody's doing it and so you'll just see in this agreement it speaks to 375 which may be a different number than what you're used to seeing if you were looking at the regular ones uh but it is consistent um and so uh we'll bring it back uh next month for approval uh and continue to move forward questions comments so those homes are looking to be a little bit smaller than yeah some of the other stuff that's being built yeah they're not they're not single family homes um we're seeing several of them you saw that you have the two that were built on either side of ala this one's going in there's supposedly another one that's going in that's off a gansel and that same piece of property
uh north of P con the road's already in the stuff north of that road is is a medical center but south of that road on gansel is supposed to be another one of these developments and then one of those same develop m is supposed to go in down here on aao and and Kenworthy uh that lot to the right um where the cattle usually run that that's supposed to be uh at some point uh built in those same those same type of homes y a lot of growth yeah okay um item 9.6 discussion and information on the 20124 2025 jocom strategic plan goals so this is uh just our strategic pan updated based on the board retreat you'll see a couple different uh three different uh attachments the first one with the Strategic plan is
just what we talked about it's been run through leadership uh that we're at the retreat to make sure I captured everything that was talked about with with uh the board members uh then the other two in particular I know Miss Hargus you had asked about uh Baseline data and so that that third one there if you open it up you'll see it's got Baseline data not all all of the agenda excuse me not all the Strategic plan goals have either uh Baseline data that's there uh it's just based on the way it's written or in the case of um example with some of the stuff with the modern teacher we're tracking a little bit different because the the objective in the Strategic plan changed so we really can't go back and capture the data because
we tracked it differently last year um and so in some cases I've tried to tell you that that no there's no data available but if there is data available I've tried to show you what it was for 23 24 so when we get to the end of the year uh we will have a 2425 comparison against uh 2324 uh and so we'll we'll use that the action plan uh it's just the way it PR printed out it's actually both of those are part of the same file um but one was just to give us an idea of what we're shooting for and then the other one was Baseline data because I didn't want to create a file that was so long it splits weird so I just wrote it up that way so um we'll
bring it uh back for approval next uh next month so if you have any questions or concerns uh please let me know but it should reflect uh what was talked about uh at the board treat okay good comments questions no okay let's move on um 9 oh hang on a second I just did something uh 9.7 discussion and information on the district school Emergency Operations plans let Mr Anderson come up and just do a quick quick comment on that he's been waiting the whole meeting to get up here Mr temporary president and members of the board audience um the Emergency Operations plan is something that we have to renew every year and essentially what we're doing is we're looking at the individuals at the sites sometimes they change especially with the influx of new employees
uh but the instant Command Center and then those individuals get special training so that way if there is an incident they know their roles and when First Responders come um and all of that information gets updated if we made it a um changes to the facilities we'd make changes to the maps and those types of things as well so that's essentially it we just need to make sure that everything's updated um and it's ongoing training that we're going through an assessment of the sites and I will say this that's the other reason why I had them come up rather than just take it um we shared with you the online program that we have and all I can do is tell you and I think uh Miss Corey would say the same thing we've shared
that online piece that we have with several vendors uh as well as the trust um and they are blown away with the quality of what we have I had a vendor in just the other day talking about something different when I showed it to them and you see that that flat um uh uh plan on what the building looks like and with a switch of a button go ahead and become three-dimensional they're like holy cow we brought in uh uh rural metro uh rural metro was initially hesitant and once they got a chance to see what it was they're like this is amazing that that we can get that detail and that's what we shared with you in executive session last last year it has not changed that's the the reason why we're not going
to do that you will see that all this stuff is an executive content because of the sensitivity of the nature uh the public can't see it um but you guys have a chance to to see it and any updates that we we bring for the next month with uh with the name changes but the essence of it is the same but I want to thank uh Mr Anderson because that plan that's being done is his plan he's the one that made it um he's the one that did all the work um and goes wrong you can blame no but but the quality is compared to 99% of the people and the schools in the country they don't have that level of detail am I am I right Miss Corey right so we have any number
of people that are looking at the quality of what was done so I I do want to give some kudos to Mr Anderson because it was it is a very very phenomenal program that he's done um and it will be helpful to to all of us as we move forward with any particular incidents yeah I remember when we were an executive session how impressed we all were with that good job thank you any comments questions no all right let you off the hook okay item 101 any requests for future agenda items I would like an update on the RSO the oh yeah SRO s yeah yes just move the letters around yeah we we're hoping we're still working on it there's a few hiccups as we move forward we hope to have something that we'll
bring to you next month um but but based on what we're working on it's going through their legal counsel not our legal counsil to make sure everybody's comfortable with what's there so we'll hold off on on saying too much about it but it is not something that's not working it's just that it's gotten caught up in the bureaucracy of taking a look at the intergovernmental agreement and so we would hope that uh it it would be taken care of by the end of this month so we could start someone coming out of um out out of Labor day but we'll just have to wait and see how how the wheels of Justice move as we take legal stuff through okay um I would like an update on that student that we had executive session about
oh coming from forence oh okay you would have to do it yeah we we can send something yeah I will I will double check great to meet with him yeah I know I think he's he's doing some some decent things maybe not 100% but I'll get with Dr gby I'll get you an email question on the SR issue if I remember correctly um panal County Sheriff's Office doesn't have enough officers and we're going with another company that's providing SRO is that correct yes the there's it's a uh a group that has uh individuals that either have the day off or or retired and looking part-time our biggest issue is we believe strongly that you have to have the same individual consistently uh and we finally secured that that issue rather than having a different officer
every day of the week every month you know every day in the month and that's what's taking time now that we found this individual retired from a from a different District um that's got 20 years experience as an SRO we're just trying to work through through through that issue um uh but but we felt it was very critical that we have the same person constantly relationships okay thank you anything else any other agenda items for the Future No all right then I will call for an adjournment of this meeting at 711 do I have a second second all right all in favor I as the audience says I all right we are adjourned
