vakola um she's having a ton of success in uh golf um she actually represents uh new calonia and Tahiti and she was in the Pacific games and she claimed the gold as a uh as a 16-year-old um and could end up uh being in the Olympics next uh next summer representing them uh she was also honored in as part of the Arizona Republic's 2324 all Arizona girls team they will select the state um uh golfer of the Year from that list there was six six that were recognized and she's currently uh 61st nationally uh Leo M Muro uh was awarded fpl's best business plan uh and triumphed over 60 other students at the high school at Harmon uh ptso uh local businesses and families supported them as they uh supported multiple families during the holidays
with food clothing and toys they hosted a Santa workshop and vendor event in December great opportunity for the families in the community to interact classroom the kindergarten classrooms hosted a Winter Music Winter musical performance uh also partnered with panal County for lessons on Internet safety for fourth fifth and sixth graders uh but they have to move the jingle jog I think there was a couple schools that had to do that from outside to inside due to rain and it became a dance instead of a jog um might have been dancing and jogging at the same time but it was indoors uh CC continues to have success with six more kids that graduated 21 for the school for the year this year that includes not only uh uh fourth year seniors but some one student that's
an early graduate and then a couple students that are uh fifth or sixth year seniors so it's a combination of kids depending on what's what's going on spelling bees are taking place uh Ranch held theirs on December 20th uh congratulations to shayen Heyman Kane holligan and Riley Larson as the winners uh they will compete in The District spelling be and then actually the County Spelling be we will host again also in in late February at the CPAC Simington uh annual holiday singalong and winter showcase over 200 uh adults attended uh after the Showcase the families were able to go to classrooms to see what was taking place Ellsworth the students at Ellsworth were enjoying exhilerating morning of linguistics Excellence on January 10th so today third through sixth graders uh working with the spelling be again
um they will have a literacy night on the 30th uh Coles Traditional Academy working with eight families over the holidays so thanks to the staff and families and Cana and the Ovation communities for helping to make the holiday season a success CMS is hosting sixth grade transitions on the 23rd of January for open house uh this Friday they'll have their Awards of ceremony to celebrate uh student Improvement student achievement character development and their houses and then the district has received two Awards uh two grants the first is uh is for an educ ation for homeless children and youth minig grants it's amount of $5,000 it'll help to purchase materials and supplies and then we also went for you approved um the agreement with ad I believe it was last month for the Arts consumable Grant
and that was for $67,000 uh and'll allow uh all preschool third grade teachers and all art teachers to purchase up to $1,000 worth materials of their choosing for the classrooms when they're teaching art uh uh superintendent horn uh I think put a million dollars towards that across the entire State and so we're lucky enough to receive that so and also we're going to get into some thanks and all that stuff but I did want to recognize Jacob and Kyle they're quietly over there in the room over there doing all the hard work we were having some problems with our T our tricaster don't ask me what a tricaster is but we were having problems with it right before the last meeting they were able to jury rig to make sure we could still uh go
ahead and show this on on uh YouTube and and then over the time frame uh since the last meeting we were able to purchase a new one and they were work very diligently the last couple days this week to make sure it's up and running uh so that when we go ahead and and film these and show it that it's a high quality uh look and so just want to thank them for all their work uh to make sure that that when we go ahead and uh telecast this and we've received numerous compliments about the way they work with this this meeting it's not a static view it's bouncing back and forth as people speak uh lots of people have been impressed with what they do so we just wanted to thank him uh for
uh staff School recognition why don't we start with Mrs dunker from Ellsworth and then we'll go to Dr gby from ccs and then we'll recognize a couple other groups okay Madame President members of the board Dr weyman I'm proud to um welcome three students up here that are in sixth grade and they are going to share with you we also have a short video that our marketing department put together for us um and the three students actually are sixth graders that have been with us since kindergarten so one of the nice things is is that they have um that we started this year is our schoolwide morning meetings we have actually been doing morning meetings as part of responsive classroom um since I started at Ellsworth and the students actually um are quite attached to
them because I started at Ellsworth when they were in kindergarten so they're the group that's been with me the longest and so that was partly why I selected them to speak because they've had had the um opportunity to be part of morning meetings and building our school Community since they've been in kindergarten and this year we started schoolwide morning meetings and so we do those as a um group of 500 plus students every Wednesday morning that's how we start our day and it's something that we look forward to and I was just telling Mrs Douglas one of our teachers that one of our second graders this morning um because we did not have our morning meeting today because of our spelling be and he's like I'm sorry I missed meeting this morning and I was
confused because I didn't understand what he's talking about then I realized that he thought he had missed the meeting but we didn't have it because of our spelling Beast so I'm going to welcome up here um I have Bristol Douglas Emma Henry and Ethan [Applause] Henry and then Mrs Bond our instructional coach is going to come up and serve as our uh Arana hello as you know Miss dunker just introduced us I'm Ethan I'm [Music] Emma and I'm Bristol and we are here today to explain our morning meetings how they work and our experiences with them since we were little we would like to go over a few topics as why it's important why we do them and other very important things so first we would do why it is important uh our school morning
meetings are important because they get us ready for the day give us a thrill of excitement and kind of give us that boost of confidence we need to make it through the day get it through the year get through the school without our morning meetings we wouldn't have as much confidence or as much fun as we do have in our school and as we do have much fun morning meeting is one of the most important things and one of the most common things that we do in our school now we are going to talk now we are going to talk about school morning meeting activities one of our healthy activities is our would you rather uh our would you rather has exercises for what side you choose and one of our fun activities is our
wordy Wednesday when we do when we do our activities uh we connect with our buddies we also do mindfulness which relaxes us after we our activities another thing that we use in our schoolwide morning meetings is our school code we use our school code by being respectable to one another and making sure that we have integrity in and that we are serving our school Community by helping one another and that we are engaged the activities that and make sure we are following the r code at all times we would also like to explain the important uh events that we that go on in our school such uh as announcements and our uh classroom morning meetings for announcements we will do student of the month every month and we will also do Lexia Awards and sometimes
ST Math um our class room morning meetings are a bit different unlike uh what we do in schoolwide we do Pledge of Allegiance but in but in our classroom we do the Pledge of Allegiance decoration of independence and a moment of silence [Music] he [Music] down [Music] oh [Music] want [Applause] so it really is one of the and one of the things that we started doing this year with the um schoolwide was buddying up our grade levels so um that they have a a a mentor within the school with a different grade level and our sixth graders um we actually have them helping facilitate the greeting so they they help go um get the grade levels to to bring them to the multi-purpose room on Wednesdays and they help facil they help greet everyone that
enters the multi-purpose room and then you saw their they help with the certificates with the the celebrations that take place um and facilitating some of the groups that have that happen and one of the things that we started doing the last few morning meetings in um at the end of November and December is having our video club members um start doing some recordings so we can get some social media [Music] um questions answered as part of our activities so we just started doing that with a couple at the end of um in the middle of right before break unfortunately I we're still working The Kinks out of that because the people they were choosing um majority of them didn't have a photo release so we couldn't use a lot of the footage that they had
so now we're trying to figure out how we can problem solve that where they actually select students that have the photo release so we can get the video together so thank you you guys did a great [Applause] job all right so my blue Apple recipients so I'm going to start out with Mrs rail could you please come up here they didn't know why they were coming I just told them that they were having to come we were sharing about their their clubs and so I'm getting glared at a little bit but so Mrs rail has been at Ellsworth for a lot of years and Mrs rail when I started Ellsworth I tasked with starting one of our first clubs which was our video Club so her and Mrs baglia who couldn't make it tonight grandkids
Trump board meetings all the time I understand so um so she's at a a function with her grand her grandson tonight um but Mrs rail is our librarian but she also is our video Club sponsor and recently um was a recipient of a grant through our wishes for teachers fiestable Grant and she works tirelessly for our school she loves our school and our kids so much I'm going to get a little emotional cuz she really does she is one of she you know the I know a lot of kids names on campus um and she probably knows we're probably right up there with a number of kids names that we know um there is not a thing that she won't do for our school and for our community she chips in in the front office
when we need help up there she had went and got her emergency sub certificate to help sub when we needed her to do that um she has helped train some of the other media specialists in the district as they need help with the program I don't know the name of the pro Destiny the that you check in the books in and out she's a member of our community um and there's just so many things that I can say about her and I she comes to work and just we chip in wherever when we're short playground AIDS or short anywhere what what can I do to help where can I help um is just she will she will drop what she's doing to help no matter what and I don't know how I would have made
it through December if it wasn't for Mrs ra so thank you for everything you do for our school but for me as [Applause] well all right so I'm going to talk a little bit about Mrs baglia is the other one who has been at Ellsworth I think since as long as I well my first in at Ellsworth when I started with the school um a technology teacher and um she is also a recipient of the blue Apple she's not here because you know grandkids they tri board meetings so um she's another one she does everything she's technology teacher she's just at Ellsworth this year but she she also is our video Club co-sponsor she will step in no matter what we need done she has taken on a lead role this year with um helping
some of our other technology teachers in the district with our curriculum department and she she just has a thirst for knowledge and we'll always do whatever it needs to be done to learn to to do what's better for students and today I was talking with her we were talking about um go her goal for um the school year and she's working with kindergarten kindergarteners specifically on how to get them to log into the computer and she's said she's like well but I don't she doesn't settle for the status quo I think would be the best way to describe it she's like well I'm not really satisfied with the way I wrote my go I'd like to think about how I can because every kid I think can can make it but some it just may
take a little longer but she was very just she's always so positive and always has just the best outlook on life and I just love that positivity that she brings to our school but also to the students every day she finds the the best in everybody and I really appreciate that about her so that she's our other blue Apple recipient um but unfortunately she's not here tonight so hopefully if she sees this maybe we can she can see that and we can give her a round of applause our final one Mrs Goodwin if you could please come up here and she's not happy she's well I kind of red her into coming too this is Mrs Goodwin Mrs Naomi Goodwin she joined us um last school year but she actually attended comes Elementary the old
district office the old District office off so this is her second school year she teaches third grade at Ellsworth um and she's also a Community member and um her husband John worked at the middle school for a long time yeah so she's been here she's been the community for a long time um Naomi has done amazing in the two years that she's been here at Ellsworth right now um she H she's pretty much um taken the lead need on for her team um and it has not been an easy year and she has done so with without complaint and um you know she's done what she needed to do for the students in that grade level and um and she has a positive attitude and she is always looking for ways to um find different
opportunities to grow as an educator so that she can give the best to her students and um we were work trying to figure out a schedule because there is a long-term sub in one of the classrooms and she was trying to figure out a schedule to where she could go and teach the core instruction to the to the students to make sure that they weren't going without and um so that's just one of the the the things I appreciate about her is that she's always thinking of just different ways to to come up with um how to how to find Opportunities rather than challenges and it's not always easy to to do that um I don't know that she's ever missed a day of work well oh well I know I don't you know she's
always there she's you know she's one of the first to arrive on campus one of the last to leave she's taking on a student teacher this semester oh wow um she's she's I I I got to tell you and when she started last year during hash forward she was one of the first on our campus last year of our um new hires to become proficient in all the goal one elements like I said she just she does an amazing job and um does it with a smile and her kids adore her and she's looked at as a leader on campus and I just want her to know how much we appreciate her and how much I value her and everything that she adds to Ellsworth so a blue Apple for [Applause] her last year I'm
traumatized I will take hers with you thank you very much for allowing us to share thank you volunteer recognition oh okay oh I see okay good evening Madam board president members of the board and coms Community I am very proud to stand before you as the principal of the com Center for Success we are very grateful and very excited to celebrate our fourth year as a school in the school district and I'd like to thank the board and Dr Wyman are our superintendent for allowing us a moment to share some of our victories and some things about our amazing students at the com Center for Success so earlier this evening Dr Wyman commented that we had 21 graduates our first semester um today was 22 nice and we get very very excited about our students
who graduate because we value their tenacity we value their courage and we value their um in today's case a junior who was working on graduating early because they would like to start CAC next year ni so um we have students who graduate with us as um you know a secondy year senior but we also have students that move forward and graduate early and also in our year this year we've had a busy year because we submitted oursel for a candidacy for our own accreditation and we made it through the first evaluation process and we are now finishing our paperwork and our reports and I would have never been able to do it without having some staff members who have bought into what we do and believe in our kids 100% And we made a leadership
team this summer and we sat down and self- evaluated and did the paperwork for accreditation for our campus and we're hoping that this spring we'll be able to add that to our website as well also I wanted to share that last year at this time when I had a chance to share with you I expressed to everybody that we we use Edgenuity as our curriculum at our school and we do a lot of online learning but we were moving my dream was to have Blended learning and to also have Hands-On classes in our campus and I'd like to invite three of my teachers up who helped make my dream come true and they're just going to give you a short little sentence about what they they're doing in their classroom to bring Blended learning and
Hands-On learning so I have Mrs guest who is our science teacher who's going to start out Mrs grz who is our English teacher and also Mrs Wyman who is our online coordinator and also our art teacher at our school good evening can you guys hear me okay I'm not used to microphones so I teach the science I've been in the district for ever yeah uh my kids have both graduated and they're they've graduated here and they went to college and they're out and they are successful in my opinion um so I teach the science classes at the alt school as we call it and we decided we wanted some classes that the kids could do that were Hands-On because you know it's kind of tough to be on a computer all day so I these
guys came up with a lot of good classes and I'm like I need to do a science class so I did one last year and it was um a plant science and then this year we um just started a class that's called forensics so it's about kind of a criminology spin which I got the idea because we had a teacher at the high school that started a criminology class so we're just in the throws of it now and we were lucky enough to get a grant thank you guys uh for some supplies to do some Hands-On Labs nice that's what we're doing good job [Applause] job hi um I have always been a Hands-On type of teacher and when I came to Coles Center for success I was a little bit nervous about everything being
on the computer um but Dr gby has really welcomed the opportunity to work with kids and come up with some creative ideas and some different ways to um look at language arts and social studies and build some Humanities based courses and the kids have just embraced them I have 20 kids right now and tomorrow they'll probably be 22 um they just want to be a part of it and what what we we're doing this this is my third goal around I've taught creative writing as well is is that we're allowing the students to um kind of look at some um film and have some real serious talks and critically think about how situations happen in the world and I said the thing that I think is going to be the most important thing is when
we're done at the end of the quarter we're going to have 20 kids that are going to go forth open-minded and I am really excited about it nice and I treat teach a true Blended learning class so I use the Edgenuity platform but I also do Hands-On so the kids are learning the art class through Edgenuity but instead of just sitting in front of the computer for the whole time we do a lot of activities so every lesson they do I come up with something that ties into it they paint Bob Ross they do uh starry night they do some things with Clay they do some things with Legos and we do vision and code of course you do vision and code in all your classes and it's always I come to school so I
can get a diploma so I can get a job so I can have a family so I can be you know productive and these kids were like I said so what is it why are you here and they're going I said tell me the truth well because it's fun so we don't have to be on the computer all day so that we get to do things and get to talk to each other and so I thought that's great you know I was a little worried about the boss saying that's your vision but you know it's just a nice break for them and they really enjoy it and it's I'm really thankful I get to do it and they love every minute of it and every time I say nobody's gonna sign up nobody's gonna sign
up and they all sign up and so it's great so we appreciate that we are given that fact and it brings kids in and a lot of kids it's like you guys teach classes here oh oh you're not just on the computer oh oh well I want to come in we can be in real classes we can talk in the with the teachers and we can do things and so I think it's really going to help us bring more kids and get our enrollment up and just do great things I'm excited and I love the art part than [Applause] you so um I wanted to mention too that we had a great open house last night because we have kids come in every night every you know quarter and so we had a special open
house last night that we did for all of our online Learners so that they could come in and meet the teachers and that they could have a chance to know who they were working with online and one of the great things about our teachers and what they do is they're so passionate that we had um over 50% of our families came in last night and we had several kids who decided that they wanted to come face to face instead of um just staying out there in cyberspace so we always encouraging our kids to come in even if they just come in one day a week to get some help and for those of you in the audience um B the blue Apple award is a very special award for all of us in education because
it represents excellence and it does the same for our staff and I wanted the chance to share that with Mrs grz who's been with us now she's a member of our leadership team she is certified I always get lost in all of them but she's certified C ified in English which is what she does for us but she's also done social studies she's also a PE teacher and she can do um a lot of other subjects that she has certification in so she oftentimes Blends her expertise in her classes so that they're more than just a subject but they're about life she also has volunteered at the district to be on the 301 committee and was on the evaluation team never I don't think ever missed a meeting she shows up every day with passion
she's the person that always says yes to me or sometimes maybe you're crazy but yes I can think of something to do with that and as a principal you surround yourself with people who represent that vision and the one thing that we always say no matter what we say is if we say we can't do it but then we always say who's the most important person it's for the kids and with Jodie if you ever get a chance to come to her classroom it is the most color-coordinated um impeccable organized room on our campus and she changes the furniture every couple of weeks to keep the kids on their toes so tonight before we came to the board meeting she was rearranging the furniture in her room and she does that because she regroups the
students she has all of the students in her classroom work with different kids and she continually challenges them to be better people so I'd like to thank Mrs grz for being my blue Apple teacher for [Laughter] you [Laughter] well now you have a blue and for my second blue apple as you know we are a small staff but tonight I'm recognizing someone who is a staff members of ours but really works at the district office and I'd like to ask Liz zah to come up and be up here with me so so Liz is actually the sis manager here at the district and the administrator but if you understand our campus we open three schools we constantly move kids in and out and my life would be a disaster if it weren't for Liz you
have never met someone who never says no who tells me to give parents her phone number so that she can help them directly who answers every teacher and who has figured out every year how to count our students how to get our students in how to help our parents so that they learn how to use parent view and that they learn how to track how their student is doing at the school and when you have someone who tells you that they love their job and that they love love what they do and I know what she does for our school which is hands down amazing I call her in the morning and I tell her I got to get a student in they're registering today she calls me back within 15 minutes and tells me
she switched the student in we tell her a student needs to go online the next day she's there and I know she does that for every single School in this district and that is why Liz is a blue Apple member of our staff and we wanted to honor her because com Center for Success would not exist without [Applause] Liz thank you all again thank you we now have a couple groups we want to recognize this is time where we recognize different groups within the district uh depending on what's taking place we wanted to recognize a special group of uh teachers this year was the first time we've we've gone ahead and and utilized International teachers teachers that have come from other countries to help us teach uh the truth is teaching good teaching is good
teaching is good teaching doesn't matter where you're from those that have the gift to teach can teach uh and we've been lucky enough to to uh get some amazing um new teachers uh so we'd like to I'll call them up one at a time and we have a uh certificate for them and also Dr dcus has a when when you're new to our district we give you a little pin uh that represents the world ironically represents World hash for and the world and they are part of the world so we will call them up and then we'll get a picture so first if we could have Mr Samuel Adu uh comes high school math teacher from Ghana [Applause] Africa Santos badal from Harmon Elementary resource teacher from the [Applause] Philippines Sonia bakan Chan Danni from
comes high school math teach from India era doas Rees from Colmes Middle School Math teachers from the [Applause] Philippines Garcia Forbes Davis comes Middle School Ela teacher from Jamaica Robert Mendoza com's high school math teacher from the [Applause] Philippines Roland NAA comes high school math teacher from Cameroon [Applause] Africa and Jessa seneres Ellsworth Elementary resource teacher from the Philippines [Applause] again again they bring a wealth and knowledge to our students not just in the academic realm but in the cultural realm to see what's happening around the world and as I've said before good teaching is good teaching and so we're very very appreciative and thankful for their willingness to come and help our uh district and to help our kids so thank you so very [Applause] much and then we have another group of people
that we want to thank um and this is a group of people that quietly do a job uh without a lot of recognition they do not get paid in any way shape or form in many cases at times they take on some very difficult and tough issues um they are committed to our district then they make our district what it is they make our special district uh if you're not aware January is uh uh School Board month in Arizona and it's a way to to say thank you to school board members and so we did want to take a few moments to say thank you uh to the school board members because it is uh it's a thankless job and a lot of people don't know until you get on the job just how much
work it is uh uh an organization the size of most school districts in this country is very complex it's no different than any other business um we don't think of them always as business and so we have people here who have in some cases day jobs and they're trying to do this particular job too um and show up and do all the things that that they do and so we just want to take a few minutes to say thank you we have uh Mrs Hargus our president who's been serving for 16 years this is her 16th year oh I'm coming up there to get a picture we we even get a picture we have our clerk Mr Delena who I believe is on his 12th year 10th 10th year member Mr Steven Ray who's I
believe his fifth year and thank [Applause] him Mrs Tucker who's a little over one year she beats out Mr beach by just a couple months and Mr Jason Beach who's been doing it this is his first year we just want to take a moment to thank [Applause] them we also would like to recognize our volunteers of the month and so I would ask uh if Jean and Mary Schaefer from the Santan Lions Club could please come up um and I'll read a little something and uh uh we'll go ahead and hand them out I believe we have a blue Apple for them uh Dr blisses okay the Santan liance Club has been an outstanding partner for us and has been incredibly helpful helpful in supporting our families in the jlcs community for the last several
years the Santan Lions Club has made a sizable cash donation which has tremendously helped our efforts to provide holiday meals to families in the district Gan and Mary have shown incredible support for our families year after year they Pro to be Dependable it's amazing to know that they are a phone call away when we have a family in need of glasses or other necessities moreover their advice and guidance has helped us organize our efforts to reach more than a 100 families during the holiday season on a much grander scale the Santan Lions Club conducts vision screening and Center support around youth hunger and environment they participate in community events recycle used eyeglasses hearing aids and cell phones can we begin to express our gratitude to the Santan Lions Clubs for all they do for our
students for all they do for our community and we want we are so fortunate to have them as a partner and continue uh look forward to continuing this partnership uh into the future so again to Gina Mary representing the Santan Lions Club thank you so very much for everything you do thank you and then I believe dry Sher up good evening Madame President board members esteemed guests colleagues I have the honor as I always say to uh introduce the students of the month and this is the best part of my day and thank you for this opportunity to uh celebrate our wonderful students could I have Cas and buau come up from the com Center for Success how about arah folsome from Colmes High School Isaac Lopez from Colmes Middle School [Applause] Isaac's one of

can stay for the rest of the board meeting unless you want to leave thank you can I one with than e you e okay we're going to go ahead and um get on with the agenda so um any governing board uh updates anybody want to have anything to uh add for the good of the whole I have nothing nothing nothing nothing nothing Jason's really trying to figure it out but okay so we're gonna go ahead and move on to our public comments and before we do that um I have to do some uh announcements I guess at this time for public comments the board invites point of view for of citizens throughout the district and consider the responsibility presentation reasonable presentation of these viewpoints vital to the efficient operation of the district members of the
governing board may not discuss items not on the agenda and will be limited to directing staff to study the matter for further consideration and possible decision on a later date things that you need to do before you can um come to public comments one complete a form um we will have a three minute time limit that will um our clerk will be um keeping time questions or comments on matters um under legal view review will not be will not receive a response members of the governing board may not discuss items not on the agenda personal attacks are disc discouraged um at the conclusion of all of a call to the public individual members of the board May respond to any criticisms made to to to an individual um and the and our expectation is that
everyone treats each other with respect and that the the speaker um presents their Viewpoint in a civil manner so given those little bookkeeping things um we do have one um called the public and that is Jim Bannon is that how I say it you said it perfect perfect um and you are from the Lions Club obviously with your vest so um you may go to the podium and speak your three minutes no [Laughter] problem ladies and gentlemen of penel County you are the most important people in the room your taxes pay for all of this honorable board those of you who are volunteers I thank you for your service those of you who are paid employees of the Board of Education you can do better it's unimportant who I am these the Santan lions are
some of the most unselfish people you will ever find in your life we own the hashtag and by the way if you have an ability to turn your recorder on or a live stream Facebook or FaceTime now is the time to do it okay we own the hashtag we serve we are never involved in politics we are never involved in religion we are never involved in education we are the largest Philip philan philanthropic organization in the world that is not religiously tied every penny that comes in goes back to the community we even have a seat on the United Nations and yes I am recruiting I have business cards we would love you to come join us I have a car parked out front that's not hard to see because it has some signs on
the doors and to you Mr tricaster a personal note I am an internationally known video producer and I would love to hire you thank you very much okayy hey don't be taking our people goodness thank you okay so now we have um we're gonna move on to the consent agenda does anybody have any questions on our consent agenda uh yes I do I have questions about 7.2 Personnel okay do we want to handle that now or how do you want 7.12 7.12 I'm sorry than um unless there's something above that anybody has any anything with no okay then we can move right on to uh Personnel go ahead okay um I noticed that there is a new position and I'm trying to get it open but my my computer is going a little bit slow
here we go payroll and Lead Medicare clerk I'm wondering what that position is why we need it and how it's going to be paid yeah it's not going to be paid at Nino it's going to be paid out of uh Medicaid uh Medicaid funding and and Julie can step up if I miss say anything but it's basically we don't have a backup for Sophia and we need need Medicaid and so Julie go ahead and explain why you came up with the position um good evening uh Madame President and members of the board the position is to assist not only our payroll clerk but also to expand our ability to um receive urements on Medicaid with payroll Sophia is the only person and if she is out then we have to try to tackle getting payroll
done without her she has rearranged family vacations weddings she's come in off of flights to come in and make sure that we all get paid this individual would help us in supporting her so that she has time to not only make sure everything is accurate with payroll but also have support in her being able to process those the expense would come out of our indirect cost it would not be an M impact we don't need someone full-time so working with Miss Corey and student services we'd like to expand our ability to uh get reimbursed through Medicaid through the claims when assisting our special needs students that would be paid out of the Medicaid funds that we do have there are sufficient funds and they would enhance the billing that we would be able to take
care of each year rece uh increasing our reimbursements and we believe that that will o uh definitely cover the cost of the position I'm not sure if I misunderstood what you just said you said it was not a full-time position or it is a full-time position but it will be part-time payroll and then part-time Medicaid so the need neither neither of us need a full-time position to handle those specific tasks so by splitting it it also allows us in the Medicaid World there is payroll um data that has to be claimed every single quarter so the position seemed to be Universal in need and us being able to combine those allows us to utilize both areas and maximize again the Medicaid billing in that case so since it's coming out of Medicaid it would not
impact M as you said and therefore when the uh state auditor general comes out with reports on funding and how money are spent in the district it will not impact us in a negative way correct okay is that all you have you want more what about the it says right here that um the benefits per District policy so how would those benefit who's paying those benefits it would be split again it would uh 50% of it would go towards the indirect cost account and 50% would be applied to the Medicaid same as the salary so they receive the same benefits just where it's paid from instead of being paid from M it's just paid out of the two different fund so how long does this get like how long is this this is it for
a year do they pay it for a year like how how do they say this is just a this will be a permanent position and Medicaid will pay it forever correct they will enhance our billing the the claims that we place into Medicaid and we we firmly believe that that position will end up paying for itself there's a lot of reporting in that requirement and somebody who can dedicate their attention to that is going to expand our reimbursables do you have any questions I don't no that's all I had okay well wait I have a question on the light duty one yeah we move okay yeah okay go ahead I just needed some explanation on what that light duty position is and what the reasoning is for that are you ready to field questions on
that sure okay go ahead yeah just help me understand it I can read but please understand understand it for me help me understand it yeah sure so when when someone is out on leave um sometimes we can get them back earlier on light duty so we feel this is necessary to continue moving forward to bring back people that are on leave and to accommodate them uh when there is Need for accommodation and bring them back um as a a lighter load of their work and this has been common now um in other Industries and as a way to bring back your employees rather than have them out completely on leave and it was time for us I believe to move forward with that and uh that's why we brought this forward to you for for
clarification that workers comp leave so if they're out on due to an injury there's at some point in time that they the doctor will release them for light duty we don't have a light duty position this way with one position anybody in in the district who would be coming back could occupy this position and it would be favorable to us through workers comp is it paid for their by their regular salary yes they would end up getting paid out of their salary they would they would end up getting paid um for the position because they're in the position we don't automatically fill a position when someone's out because they're entitled to it when they come back off a workers comp and so the position in many cases goes unfilled depending on what the position is
they may be able to do the work they may not if it's heavy lifting and they have a u a light duty with no LIF restriction then they couldn't do that job so we can give them something else but when it comes to workers comp and what were charged by workers comp at the end of the year for all of our claims that is favorable to us in terms of what we end up paying for workers comp because we brought them back on light duty versus keeping them off uh off work completely for a longer period of time correct me if I'm wrong in that cor that's correct we can bring them back which is what we want to do we want our employees to be able to come back and if we can accommodate
them by allowing them to have lighter Duty we do that and so this is something that's going to formalize that moving forward positions so we just okay so do we just have a position that says your light duty I mean is it accommodations of their regular job or no it it is something that we're creating so that we can get the person back um on the light duty and then also continue to pay them and also get them back before uh so they don't have to stay out as long and it's been asked for by some employees that wanting to come back and need to come back okay so then who would this so who who Who's going to be eligible for this uh anyone who's on on that leave that Dr Wyman mentioned um
we would then have that meeting with them which is something that we already are doing with them uh when they're coming back and we're doing our best to accommodate them and bring them back and this is a way to do that do we have to create a light duty position if if we don't have one meaning so let's say that a bus driver gets hurt they come back on light duty but someone else gets hurt are we obligated to also give them light duty no matter what um I I wouldn't say no matter what because there are some oper some times where we can't do some of the things that are that they are requesting um but if we can and we can get them back to work and they're back in our work pool
and they're working I think it's a POS positive thing for the district to move forward with and then it just come this is just paid from the regular salary though right so it's not an addition to No it's it's just a position that we can have to place somebody in when they can come back and we can accommodate them okay so there's no addition to no all right thanks any other questions I do not have any other questions what no that covers it sorry okay do we have any other questions about the consent agenda I do not all right um so I guess I'll need a I'll need a um a motion I move to that the governing board approve the consent agenda as presented I'll second all in favor I I what did you
say I I did okay all right so he said I I I all right motion passes for five to zero all right um so now we have 8.1 com's High School course guide updates all right we're going to be quick on this um so just our our annual course guide review process for the high school uh follows these steps that you can see on the slide where we gather together with the uh Department leads at the high school uh the first step was of course to make sure that our courses are still aligned to any shifts that might occur in the state standards um we look at historical course enrollment to see if we need to add additional courses or if they're courses that might need to be sunset um We Gather teacher and counselor
input work with that committee to review those suggested updates um that happens through uh Miss kachinsky as the academic assistant principal and then we bring those changes to you tonight um so just a couple of changes that we're looking at for our course guide for this coming school year um as was shared previously uh one of our goals has been to increase more rigorous learning opportunities for our students one of the way that we want to accomplish that is through additional um dual enrollment courses so the first couple that you're going to see are looking to be added next year are dual enrollment for English 101 102 and then dual enrollment for history 101 and 102 uh the English 101 102 is a senior level course the history is aligned to the US History which
is typically in our junior year um also looking at an addition of medical assisting 3 and our CTE programming and an AP Art Studio class as well to offer some opportunities for some Advanced course work there as well um we have a couple of chir classes that we're sunsetting in a TA description that we're rewarding uh we're really fortunate that because of our partnership with um Central Arizona College um the cost Associated is typically one of the barriers for dual enrollment and the way our partnership works with them the only cost that U is passed on to the student are the course fees that are associated with those classes and we have systems in place for any student who demonstrates Financial need to have that covered by the district so in terms of cost minimally
impactful um but it does give students a chance to um begin to pick up some of those Collegiate courses um this is something that we hope to expand in the future years by getting it in the books or in the course guide um that Al allows us the opportunity to cover the second hurdle that exists with dual enrollment classes and that is Staffing um there's certification that has to be carried by the teachers they have to be able to teach at the community college level to be able to cover these enrollment classes so if you approve those courses to the course guide then as we go through our hiring process we're mindful of that as we bring new teachers into those teams that we want to have folks who can cover those classes moving forward
and I'm GNA turn it over to um I have a question about that so if there if it's an AP class and the teacher is able to teach college classes so before it used to be like they they went through the whole class and then they had to take this one test right and they had to do they still have to do that if the teacher is they have to have a passing grade in the class so the biggest okay and this is kind of the I'm glad you asked that question because this is kind of the ongoing great debate of dual enrollment versus AP um so AP courses the advantage in AP courses are that AP courses are going to be potentially accepted outside the State of Arizona so if you're a student who's
seeking to go to school back East you might want to be in an AP course on the caveat that as you just shared is that in an AP course you have to achieve a certain score on the AP exam right otherwise you sat in that class and you're not going to get the college credit for it the score that's required for that can be dependent upon the university you're going to so they have different requirements as to whether or not you score three four or five um dual enrollment then is a little bit more of what I would call the sure thing you know if you pass the class you're going to be able to get that transfer credit within the State of Arizona that's why we're looking to add some dual enrollment classes is
because what we're seeing is that the majority of our students are attending who are attending college are doing so in the state of Arizona and so this gives them more of that sure thing pathway as opposed to taking the risk on potentially passing an AP exam and maybe maybe not getting that that college credit So when you say that um transfer to is it um Community College and universities right so those those are dual enrollment classes meaning they they bear that college credit so you would get a history 101 102 credit that could transfer to the Community College or to one of our state universities um so it gives them a chance to build a few of those credits before starting okay um so I have a question y um I know if you've been
uh they offer scholarships for those that have been in panel County so will that apply to it if you do it when you do it your senior year or is that only after you graduate right so in the same vein as and part of the panal promise is that they have that tuition covered so that's why the in the same vein the courses are at no cost to our students um which is different for us here so like I live in Chandler my kids go to school in Chandler I pay a dual enrollment fee because through Maricopa they're charging that fee we're not we're not being charged that here um like I said there's a course fee which is common for a lot of our courses it's really the text materials that we pay a
small fee for um but it's nominal um so nothing beyond that so it doesn't penalize them for for taking it early versus waiting for graduation either way they're getting that course free of charge they actually for promise to the Future they could still take classes as a senior and it's still covered yeah for promise of the Futures and it do even have to be here it could be at their at their school it's the same same partnership yeah um I'm going to turn it over to miss Scott she's going to share with you one of the other revisions that we made to the course guide um related to a change trajectory in our science classes good evening one of the changes when we were talking talking with our teachers and with our administrators is really
looking at what our science sequence looks like and how we are preparing our students for the future and what we discussed is that we have removed that Integrated Science at the Freshman level and Incorporated that biology and honors biology this gives our students those foundational skills that they're going to need and it also allows our students to be able to start taking AP courses 10th grade year versus waiting till 11th grade year this also allows for our students to be able to look at their 11th grade year and if they're interested in that medical field then they're able to take that human anatomy and physiology course or if they're interested within physics so they have a multitude of different Pathways and avenues that they they can take that still align with our a side test
and for any of the postsecondary pieces um are you done yes okay I have a question about um so have you guys looked at like the enrollment of each class like especially in the in the what do I want to say the electives um and see is like is there a drop in some of the electives and if they're dropped in electives are we what are we doing with those classes like what so in regards to science no just any I'm just asking overall okay sorry okay so I I always describe it this way it's always important to remember that our course guide I always call it it's just like a menu at a restaurant right so this is what we offer we may or may not serve it if nobody orders it so we
always look at and that's why you saw in there there were a couple of choir courses that we did Sunset we always look at courses and whether or not we've gone multiple years where we're not using those and we will sometimes Sunset those okay typically we leave them in the course guide just in case because it's harder to come back and add them back in um but whether or not we offer them off the menu is dependent upon student interest so we do periodically Sunset those um again we usually look for like multiple years if we get three or four years of data where we're like nobody's taking this class anymore then we start to remove that um but sometimes you can get kind of a bounce back and forth of so what is your
what is your um like how many kids what's your cut off of now there's not enough kids like what is that and that really gets into then a staffing question we work with the high school on a standard Staffing pattern of approximately 28 students per class so that would be considered you know a full class um we've worked with in with that with some of our AP and dual enrollment type courses where sometimes those numbers are lower and then we pick those additional students up elsewhere um it's really kind of on a case-by Case basis that comes down to the scheduling conversation that really happens um we support the high school with that but we have a conversation with principal Loftus and Miss kachinsky are the are the main drivers of the high school of
that where we kind of of walk through that so every year we have that conversation we never know that until the registration process happens and then we sit down and have a conversation about does a class make or not make which is why students select multiple choices because they may not get their first choice if that class doesn't make it because there's just not enough I just was worried about the fact that like the the the drop in students right and what we were what we're going to do about those if if like where we're going to make that cut yeah that's separate from the course guide process but we've already had those conversations about some of our elective classes both in and outside of our CTE programming and what we know for historical data
where we may need to trim a little bit um to align better with our enrollment um okay yeah and and we will do that process as we build the budget this year we know what the numbers going to be that we're going to build it off of Julie and I been talking about it that will then drive the number of of Staffing we have and those meetings are starting in the next couple weeks to take a look and say so if we build it off of a 3800 or 3700 ADM what would be the the the right number for the staffing ratios right if we go off to 28 and so that's what's going to happen over the next couple months as we take a look and and uh see what our numbers are and
build our budget being cognizant of keeping some of those programs so that they build continue to build especially likees okay all right so Matt we currently have no changes within the electives these are the three courses that were removed with the choir courses and then some of those additions under the teachers Aid piece we just notated that they might be uh it might be different teachers that they might be assigned to based on teacher need one of the things I'm really excited about is that we added three additional seals for our students to be able to work towards for them to be placed on their um diplomas so we have the Seal of biliteracy where are students that are taking foreign language courses the four years of the foreign language are able to um um
receive that seal of biliteracy on their diploma and it also goes on their transcripts and then in addition to that we are adding the Seal of personal finance and the Seal of civics and the Seal of personal finance incorporates any personal finance courses that they take and including any Community Service Learning pieces that are Incorporated with that and then in addition the Seal of civics which I'm excited about gives our students opportunity for the Civic engagement with Service Learning and community service that they provide not only on campus but outside of Campus they're able to earn uh for 7 with every 75 hours of that that piece and work towards that seal of civics on some any questions on that one on Three seals when they do the seals if they get that are you
also giving them a cord at graduation that's a great question that is a good question yes something we will look into they look I will make a notate note on on that and then U anything else on that piece and we currently what I didn't add up there but it is in the course catalog is the Arts proficiency because you guys have been doing that in the past so we're just adding these additional four seals in addition to the Arts so please know that we didn't get rid of that one it's just these are in addition to and then um we incorporated our special education resource classes into the course catalog and then some of the modifications that we made we did add an uity requirement for any for an additional fee you'll see this
on the course fees for any classes outside of the six in-person classes so for clarification purposes if let's say we have a student that uh is off campus for a release period that means they're really in person for only five courses they might need a sixth course to stay on track for a graduation that is not would not be added as that additional fee for them taking that course online so it's only when you look at that a genuity piece outside of the six inperson classes they are taking within with the credit bearing courses with freshman sophomore juniors and then the four years for the seniors and then students withdrawing from classes we made a couple of um specifities there with what a withdraw pass looks like withdraw fail and then on the student enrollment
piece just reiterating that policy with our freshman sophomore juniors need to take six credit bearing courses and seniors taking four questions on that piece I do have a question I know I talked to Tim I think it was you about um looking to get um it where like those that work can get a working credit um but do that for sports like can't like like someone that is playing multiple Sports can they get a credit for that they're putting so much time into you know the team and I think it would be great to be able to have a credit for that I'd have to look a little more closely at that specific piece we did make a modification to um the work study Credit in there um what what existed in our old course
guide was actually a little bit of a disparity um with some updates that happened within our CTE programing I know John not here tonight but CTE updated their requirements um which was actually a decrease in the number of hours that were required to get that credit um we had not caught up with and matched that in our work study so we've now updated that in the course guide this year as well so that students who have those outside work opportunities and also get that credit um happens some in the high school it's also common for our CCS kiddos um so we make that a little bit easier for them to get that I'll look more specifically at the sports one and we can bring that back to the table at next month um just to
make sure that I'm not speaking wrong on what the requirements are but we can take a closer look at that and give you a report on that sorry because I think course fees are next oh God okay um let me see here you need a motion yeah yeah we'll make I'll need a motion on that there's no more questions so I move to approve the changes to the 2024 or to the 20124 2025 comes High School course guide as presented second all in favor I I motion carries 5 to zero um 8.2 course fee um 2425 school year so this again is the yearly update that comes to you to review any fees that are associated with our courses um you can you can see the comprehensive list on your screens it's projected for the
audience as well um just a few of the the fees that were added um we looked at adding um this has become a common practice around us but it's one of the items for your consideration which is a graduation fee um because of the cost of graduation and and what that's come to um there's a fee for drawing and painting that's being added a TV production a Ceramics 3 and then we already mentioned the $50 fee if students are going to beyond the six normal courses um in uity and then um a couple of fee changes that you'll see on their medical assisting was reduced from 200 to 100 um dual and enrollment algebra free was removed because we haven't offered that course yet um and then a couple of fees that were on there
or were previously listed um but not in place were some of our our P uniform fee Locker fee uh replacement ID AP testing fee PSAT and sa test cost um again just like any of our other fee structures um we have some systems in place for any students who cannot afford these fees um that we can support them in that um but these are kind of the the basic um fees associated with those courses or those assessments any questions on those no questions yeah I don't have a question okay I do have a comment can I make a comment or can I only ask questions today we'll let you make a [Music] comment I I know you said that it's a practice in other districts about a graduation fee but I think that's a punishment
I mean I don't know you finally finished four years now you gotta pay 25 bucks I don't agree with that that's my comment but it's not a question so what is yeah what is the what is the $25 for so if they don't pay they can't graduate I don't no it does not preclude them from graduating um but it is it is a a method that many districts have been using to try to offset some of the costs associated with graduation I'm going to pull this number out of thin air but the number I was told was in the ballpark of $30,000 is what did you just shake your head am I off on that know so um I know it's a a substantial fee that goes towards the graduation commencement ceremony and so um
that's one of the possible pieces it could be considered it can be struck that's your call um I just know that with everything that goes into that ceremony it's become a pretty pricey Endeavor unfortunately I get it so do you think that we will have more people not do the ceremony because I mean I know I already have to make what pay for capping gown and whatever else Justin thinks that I need to pay for that I'm not going to um so right so I was just like yeah um I don't know do you think it's do you think that we'll have kids that would be like yeah I'm not going to do it then I'm not going to walk remember that when you make your motion you have to make the motion as it's
written because the way uh the way fees are structured is that the principal has a right to wave the fee under state law so if you had kids that cannot afford the fee uh and therefore would not be able to pay it then we would wave the fee and so there are there some kids that could afford to pay it I don't know how much we get into whether you can or can't afford fees um but so it depends on who's coming forward with what situation but all of these fees the the the motion per state statute has to read that um uh the principal has the authority to wave the fee for those kids I don't know the exact motion but those kids that can't afford it so depends on which kids it is
um if it is if it is kids that have financial hardship then it would be waved I mean I know have to I pay a lot of tuition at ASU and now I get to pay for graduation fees there too I think they got a lot of money um okay anything else no no okay um then I guess I'll need a motion I move to approve the 2024 2025 fee schedule and authorize the principles to wave the assessment of all or part of the fee assessed If it creates an economic hardship I'll need a second don't all jump at once like tonight I'm not I'm not unless you don't want to I'm not doing it it's not with the graduation fee I'm sorry well we can take it out if you want didn't he say
we had to do it as a whole no no we can okay no right if there's no second that motion would die and then there' be a second motion if there was second well that one's dying on the cross there so right I move to approve the 2425 fee schedule with the graduation fee removed as presented with everything but the graduation fee I'll second that you have to the and authorize the principal to not charge anybody if it's a financial hardship you have to say the rest of it okay sorry I move to approve the 2425 fee schedule and authorize the principal to weave the assessment for all or part of the fee assessed If it creates an economic hardship hardship and removing the graduation fee from the striking the graduation fee from the document
okay I think we understand I'll second that all in favor I I I motion carries five to zero okay um 8.3 um discussion and consideration approval of the district's audit Madame President members of the board I'm back again our Auditors Clifton Larson Allen have completed our June 3 2023 Financial audit electronic copies are attached to the agenda items and bound copies have been provided to you this evening the annual comprehensive financial report is a narrative overview and Analysis of the financial activities for the district in Conformity with General accepted accounting principles or what we call Gap the single audit reporting package reports internal controls over financial reporting and compliance with with the governing auditor standards for the United States our single report audit found three items one we've seen before it is in reference to
the internal controls in regards to our Gap review the district performs our reconciliations but due to Staffing we do hire the audit firm to prepare our financial statements and advise us if there are any inappropriate adjust or inappropriate items or adjustments for our Gap the second item notes our Capital assets a few items were noted as listing depreciation schedules that required correction we continue to review these uh fixed assets make sure our coding is correct and the maintenance in our system is up to date as well as working on all of our disposal of the assets my team and I are attending professional development opportunities to ensure that we remain up toate on all of the compliance information the last item references our rec reconciliation process with the grants and our timely reimbursements this is
actually a rollover from the fy22 some of our fy22 reimbursements mingled with our FY 23 reimbursements and therefore it presented a challenge for our Auditors to reconcile I want to make sure that you are aware all compliance reports all completion reports on every one of our grants for f23 were reconciled with panel County and the Arizona Department of Education and they were done on time Business Services supports or student services and curriculum and instruction teams are all working together to ensure that we have timely reimbursements that are processed this year and we will continue these efforts through you know going forward the final item that was provided was the uniform system of financial records compliance questionnaire it is a summary report that goes to the office of the auditor general determining whether the district has
attained an acceptable degree of compliance and internal control the items that I mentioned above um were noted in there a few items again in regards to attendance Capital assets and just financial reporting overall it's the standard reporting package that we bring to you every year so once you approve we will uh post all of this to the appropriate websites and all of the various entities however I do have to tell you because I can't come up here and not spout some Arizona statute statute 15914 section H does indicate that school governing boards shall publicly accept all Audits and compliance questionnaires by roll call vote yeah are there any questions no I have questions certainly unfortunately I had a whole list and you've answered most of them okay sorry so I have very few left okay
um on the um item number two the depreciation issue yes sir was it that items that were being depreciated shouldn't have been or incorrect appreciation schedule was being used it was an item we had a couple of items that had an appreci a depreciation schedule that was attached to it but it wasn't classified as a general fixed asset meaning the asset was not over $5,000 and therefore should not have been on the schedule so we just had to amend that and correct it okay so that's just that's a thing I think that happened in the last audit as well if I remember correctly correct we have been working on our fixed assets and making sure that they are in compliance and that all of our coding is correct um it's a large task okay and
then and I think you answered my question about the grants everything was um was re was reconciled with the county so we're okay there yes sir in fact I called the county office and I said okay did I miss a step and I was assured by panal county school office that no all of our grants went through all reconciliations were done so when I talked to Clifton Larson Allen it was more that things from last school year fy22 getting those reimbursements coming in also were when we were doing initial reimbursements in FY 23 and the money co-mingled and it was more accounting for them okay and one last question about the um first finding about the financial preparation of financials I know we've never done that is that something we should be looking into doing
or is we're just going to keep letting the Auditors do it for us I have been told that there is a spreadsheet that they will give me to review and I have to sign it before June 30th this is additional information that's come to light we are in the process of going to review new Auditors because we are at our threshold for services there has also been some staffing changes with Clifton Larson Allen so will this be a requirement going forward it will be a discussion with whoever we decide to go with if we stay with Clifton Larson I am personally going to ask for one of the executives to come out here and sit with me and talk to me about what is this so we can find out how do we get rid
of this this compliance item right okay thank you you're quite welcome any other questions look at you go Bob okay so we're gonna go ahead and do um a roll call so Bob do we don't we need a motion first first we need need a motion first so I move that the governing board approved the 2022 2023 annual comprehensive financial report and supporting documents as presented second okay all in favor we'll see Bob I uh Stephen I Hold On Jen hi Jason Hi and myself Shelly I so motion carries five to zero okay uh let's see here number four discussion and consideration of approval of dismissal of Miss Sonia Sharma food service clerk cook cook sorry oh Clerk Madam president board members Dr Wyman I bring forth um this issue for us to consider there
are two important points that I need to first point out in regards to this the first is policy GD QD which is discipline suspension and dismissal of Staff members there you will read that the imployment of an atwi employee must be uh may be terminated may be terminated by the action of the governing board for any reason or for no reason or without advanced notice as the board desires here in this case ample due process and discipline was applied multiple chances for change both verbal personally from me supervisors written Direction and in person took place video looked at by our professional technology team was reviewed and inconclusive in regards to some of the issues brought up both for the defendant or for the district all of this is clearly seen in the executive content that's
been shared with you in the letter verber altercation took place physical aggression took place and was admitted by the employee insubordination and appropriate attitude documented several statements from employees regarding discourtesy towards staff and student all of this cannot be tolerated and it's because of this I stand before you with a recommendation for termination of cause as a result of a pattern of behavior of the employee that's in a violation of the district policy several meetings took place with the employee several opportunities were given to the employee and it is this time that I bring this forward uh to you um as an atwi employee consequently you've been given um a letter that from the employee uh that has been given to you as of today that was given to us today the employee was given
ample time to appeal and she did appeal and um that is also written in the report given to you do you guys have questions I do not have any questions no questions okay I will take a motion then I move to approve the termination of Miss Sonia Sharma Food Service cook at Simington Mel Elementary School effective January 11th 2024 as presented second all in favor I I I motion carries five to zero okay so here comes to our great uh as always our eight 8.5 discussion and possible consideration of action of approved board organization yay this is always the awkward moment um let me see here so we have a certain way we have to go about this follow that order yeah so um see motion to nominate okay let me put this let me
get it in my little thing sorry all right motion to nominate um we need to do board president so if there's they open the floor for nominations for board president okay I would like to make a nomination for board president but before I do I'd like to make a very short comment um I've been on the board for this is my 10th year I think seven or eight as Clerk and I've worked very closely with President Hargus who's been on the board for 16 years and I don't know 15 15 years so going on my 16 going on 16 and I don't know how many as president a lot and I think she's done a an admirable an admirable job and we we speak constantly um we work together as a team and we both
agree that it's time for a change in leadership and luckily we have someone we both believe is the person to step in as the new president of the board we both believe he will do an excellent and outstanding job and therefore I'd like to nominate my co- board member Steph Ray to be the next president of the joles governing board okay um so then okay I don't think we need a second on that right is there anybody else that would like to nominate any other nominations okay so I need a a motion to close I'm move to close nominations for board president second okay so now we can can we just no I move that we approve Stephen Ray as new governing board president are you gonna you can second I think we vote on
on president first yeah we got that out okay go ahead do you want to second that one then again I'll second it again okay all in favor I I motion carries 5 to zero do you feel like you're a railroading he I didn't vote for myself I think he's abstain suppos to is that is that normal for yourself 401 it's fine you can abstain honey it's fine you're still in okay so I didn't know if it's appropriate to vote for yourself or not that's why we don't care you're go you're in it anyway okay motion um so now we need to move on to clerk so I need a motion to nominate um for clerk I move to nominate Bob Delina as clerk okay any other nominations Stephen okay any other nominations okay so then
I need somebody to move to to close nominations I motion to close the nominations for board clerk Jason do we need to second that one second I don't think so second it anyway okay okay so let's make a motion for um we're going to vote for board clerk I move to approve Bobina as board clerk for 2024 um second I'm stilling I'm glad you're getting all this Jen will second all in favor I I I'll abstain okay so motion carries uh four to zero and one AB exstension okay well congratulations so next um meeting you get to sit here in the hot seat seat okay so I it's kind of cool because it hasn't happened for quite some time discussion um no I'm not crying um discussion and information of 2324 District enrollment numb so
yes we got those today and so I think we have some questions so um if do anybody want to start on those questions um I looked at it from the um whole District point of view and I'm I just have you know I'm a math guy and an accounting guy and I need to have numbers flow and I have trouble having them flow so if you could give us some guidance on how to read this that would be very helpful sure uh you have to look at the top numbers that give you the the enrollment numbers by grade level or um at the different schools uh that report so what you have is you're not comparing Apples to Apples so your numbers aren't going to ever add up you're comparing apples to oranges that top
Port is either run through What's called the St 606 or st601 which is part of uh the Synergy it is a moment in time snapshot so on the 31st or the 30th of the month we run the 601 to see how many kids we have in the system at that point in time okay if I were to come and run that same report two days later for and and date it the 30th you would not necessarily have the same numbers because if somebody's withdrawn it takes them out of the system because it's a moment in time look we kept that number there because that was the way we showed the numbers previous years and that way that that's a a number that shows at the same time then we run a second a different report
for both with is a second report the bottom part yes can we stay on the top part for now so if I'm looking we have uh the month of May which would be the end of the last school year then starting the beginning of this school year so we have a month-by-month snapshot right of a particular day of that month probably toward the end of the month it's the last day of the month last okay so so that is really showing us that we have been decreasing enrollment over the course of May until today yes okay so if I'm just looking at that and then we can look by grade level for example if I look at second grade steady 277 to 278 but if I look at some other grades they could be going
up such as seventh grade and I look at grades like eighth grade going down yes okay so that's how you would interpret that top part of the report okay just want to clarify before we left but but as I think the question was asked sometime before but as a moment in time though the the 278 kids let's just say at in in July and the 278 kids here are not the same 278 kids they've moved back and forth so it's a snapshot in time of how many kids are enrolled in our district on this day but it's not necessarily telling you how many kids were there we may have gone through a number of kids to get there okay but but the fact is that more are leaving than are coming in yes okay I
just want to be clear yeah no that's very clear okay so go to the bottom part then the bottom part is we then take a look and say we run a query statement out a Synergy that says which kids withdrew from the system between the first of the month and the last day of the month and they give us all the kids that withdrew we do the same thing for which kids entered from the first of the month to the end of the month so when you run your number up above depending on the day you choose you don't necessarily have all the same kids especially with the impact of kids leaving and the number going back and being and changing on you when you look up above we had some problems early on with
calculating some of those things we as an example the codes and The Way We Run The query statement is through uh withraw codes and entry codes those codes are done by the state of Arizona uh and so uh a specific code tells you uh this kid uh went out of state or this kid went to another District um so they're just different codes W1 W2 so forth and so on or E for entry one two uh we also have a code that's under the r section and that's a kid during the current year who was invol enrolled in our district left our district and then came back to our district so they would get an R code so we run the query statement that says for enrollment give me the E and the RS that
occurred between the beginning month and the end of the month and then we go double check on those for the withdrawals we just say give me the enrollment for the kids that withdrew if a kid left last April and came back in um October they would not have an R because it's a new school year they would have a new an e as a new enroling so you look at those codes and then we just add those up but those will not automatically align to the change that you have on the top part because you're looking in the totality in the bottom part and you're looking at a snapshot in time in the top part and we're trying to come up with a better system but at this point in time we spend hours and
hours taking a look at this trying to get you guys the most accurate qu understand the the the confusion that's there but that's what's occurring then what we do for that at the district level we then do it each of the the school levels right um can I make a suggestion for changing the way the bottom part of this report looks the uh withdrawal enrollment summary because when I look at line one and I'm just going over the total column it's 36 I which would be withdrawals and I look at line three it's 24 which enrollments and I look at line five it's the difference of those two can't we have those be lines one two and three so it's very very easy to see we're subtracting one line from another line sure and then
we would have what we now have is line two be line four total withdrawals year-to dat and then that would go with total new enrollments year-to date and then it looks like that difference would be a plus 35 and add a a six line so that way the monthlies are together the year to dates are together and it's a lot easier to follow the flow of the numbers does that make sense yep okay so I think visually then it's easier to comprehend and then just we need to understand that the top numbers and the bottom numbers will not flow because they're pulled from different reports okay does that make sense yep okay we'll make those changes for for uh next month I do have a question when um they come to unenroll their student do
they get a packet like then they leave they get like here's some paperwork for you no they they they have a right and some of the principles can speak up if I Mis misrepresent but um when you're W when you're withdrawing your cume folder is going to go to the school of record once the school of record requests it so there's not a packet that goes with it because it's a formal document you just can't give up the C folder so that's what they get the sites talk to the individuals to understand why they're leaving they can explain that process a little bit a little bit more um but they wouldn't necessarily get a packet of stuff because the C folder is what's going to go go to the new school once the new school
requested we can't send it until the new school requests it um and again it depends on what they're doing and where they're going I was just wondering if there's any way that we could do some sort of um like QR code or something like that that they go and they actually do a like exit survey that they all do the same thing um so that we all are like on on the same page and then maybe those parents would actually put I don't I don't know they I don't know just so we could get a little better right and everybody's doing the same right we we had we talked to everybody on the leadership team about uh the interviews with them uh coming out of your guys's request of the last executive session then that's
part of the stuff we're working on for an action plan I haven't had a chance to talk to all of them but uh we several those conversations that say can we do an exact an actual survey so everybody's consistent okay all right code get more responses I mean tell whys right right and we do get that right now when we talk to parents sometimes parents are willing to tell us other times parents are not willing to tell us don't care what you think just moving to New York right right yeah it depends and so in some cases we get it I think some of the comments that you've seen in some of the comment sections would would indicate that we know in some cases where they go because you have comments that tell you where
they go the comments of the number of people where they go don't always add up because there's usually comments in there that also says but two parents decided not to tell us but we can try the survey to see if we get a better return they may do it instead of just ask going us okay so um the next one is uh does anybody have anything else to to add on this okay all right so apparently how does that information I I don't is it a lot of effort really I can help well who knows I don't know that's why I'm asking you don't know until you see the data right it's just thought just thought okay adop uniforms because student need but what but if there's you know the data shows that there's the
same reason repeating and it's at a a specific school or specific reason then there maybe there's some actionable things you can do to so other people won't follow suit I mean it could be it could be about District policy who knows we don't know okay I'm moving on 10.1 any future agenda items I'm moving on um I have one and did I hear you groan no yeah no I'm sorry I did not item as I was reading over item 7.3 the overnight Andor outof State travel requests I realize that we have a a lot of travel requests that are processed and approved in the consent agenda every month and that's fine I I am in full support of it and I think it's very important but I'd like to see a comprehensive list for last
year January through December what we've approved there doesn't have to be a lot of detail we've approved this student and it would be for students because I think we could use this sta as another way to get the word out look what coms is is doing to support our students they're going to this conference they're going to meet with people over here they're going to trap shooting they're all this stuff that our kids and and adult chaperon are going to that I don't remember ever seeing out in the public life and we're getting better about getting the word about what we do out into the public through all different types of media but this is another way we can get the word out these are what our kids are participating in and if your school
doesn't have it come here we've got it so I'd like to see if we could get a list for the whole year of 2023 and and look at that and somehow make that available to the public in terms of a recruiting tool we'll bring her back next month okay thank you okay anything else any other um any other future agenda items he he just blew you guys away right so excited anything else all right speak now forever hold your peace man until next month okay um I am going to make a motion to adjourn at seven I always a motion to adjourn oh this is my last one the last okay okay okay okay I am going to motion to adjourn at 7:55 it's 758 but I'll second 59 actually mine's 759 759 okay and
Bob will second all in favor I I motion carries 5 to zero for sure absolutely
