All right, >> got 10:30. Let's begin. Um, yes. Let's rise for the pledge. >> I aliance to the flag of the United States of America and to the republic for which it stands, one nation under God, indivisible, with liberty and justice for all. Okay. >> I will make a motion to approve the December 8th, 2025 ad hoc committee agenda as presented. >> Super. >> I'll second it. >> Great. Uh we have a motion and a second. Any discussion of approval of the agenda? Hearing none. All in favor? Uh raise your hand. Any oppose? Same sign. Motion carried. We have an agenda. Okay. So, uh yeah, let's uh dive in. We have our uh question of our new board member orientation process and we have a lot of uh we have a lot of material here.
Um I was uh and I was thinking um along the same lines uh you know just to kind of look at well really a two-pronged approach. What is it um you know that statute requires us to do and what are our specific things that our board I think we needs to know about our process and and things like that. But um it looks like um you've put together some stuff. Did you want to uh lead out on some of this stuff? >> I guess I kind of turn it >> maybe to Anna as a past president. >> Oh, good gracious. >> Yeah. I mean, if anybody >> So, the first piece is our our board policy, our [clears throat] bylaws, and >> Yeah. Well, let's look at that. >> Yeah. >> Is your mic on,
by the way, Dave? There you go. It is. Um so I can read this for the audience but uh board bylaw >> uh 142.7 is orientation and it says the board believes that the preparation of each board member for the performance of the board duties is essential to the effective functioning of the board. The board shall encourage each new board member to understand the functions of the board, acquire knowledge of matters related to the operation of the district, and learn board procedures. Accordingly, the board shall give each new board member no later than his his/ her first regular meeting as a board member for his her use and possession during the term on the board the following items. Access to a copy of the board policy manual through NEOLA website. a copy of each current
negotiated uh agreement, the current budget statement, audit report, and related fiscal materials. And then the board will provide and maintain a library of publications and reference materials for the use of board members. Each new board member shall be invited to meet with the board president andor the superintendent to discuss the board functions, policies, and procedures. Then the board shall encourage attendance of each new board member at orientation and training meetings. Okay. Well, using that as a springboard, does anybody want to chime in? >> Yeah, I just I'm trying to figure out where to kind of start here, but um this new board member packet, this is honest, I don't think I got this. I know I got the open meetings act book. >> I did cuz I think it didn't in >> but it included
this with a couple pages though. >> Okay. Cuz this looks brand new to like the this part looks brand new to me. So I guess my thing would be we didn't really go through the checklist then if I did get this correct. >> Yeah. I I I did not. >> Okay. >> And I don't think if you sat down. No. >> Okay. I guess cuz I I kind of just put together just a short list that I emailed out to you guys just kind of like the, you know, the main things that I thought when I first started >> um that would be important. So I guess I don't know if you want to kind of compare the two check off lists and just see make sure that we have everything that seems important to
have on a check off list for a new member. I think the um going off of the new board member checklist that we already had. I think one thing that was missing obviously because it didn't go well for us was to um and it's on yours Monica was the third thing uh provide Chromebook and confirm functionality. So maybe we should add that to the because it's not on there right the new board member list that we currently have and that would be on the front page probably or Yeah, under like >> we could just put it in next to that check box. Yep. Under uh under APS ID badge. >> Yeah. Yep. A new one about provide Chromebook. >> Okay. Um, the other thing that I thought also off this list is um, just when
meeting with the superintendent, I know it's it's wonderful now that we um, stream our workshops because before I got on here, we didn't do that. And that's super helpful, I think, now um, because you miss a lot in between the meetings if you don't if you don't go to the workshops. But um even the superintendent updates, maybe even the last two or three months worth of weekly superintendent updates would be really nice so you can kind of go back and read read through what's been going on the last few months because I know sometimes there's a little more in-depth information on those. >> Yeah. Uh that's a great point. Um and I think uh I know the current method of using what I do where you can go back to them all. >> Yeah. Um,
I know some people don't necessarily love that format, but at least all I have to do is provide that link to a new board member and they can go back as far as that exists. So, that's a great point because prior um I mean I was using that method but uh it was just emailed once a week and so there would be no uh way to necessarily go back and access those. So, um that's a good one. Certainly can do that. Do we want to add that to the new board member checklist then? >> Yep. Um maybe also on this checklist just because it is part of the pol is is having this policy included in the packet and um as I'm looking at the policy if we go back to that um a cop
I just some of it a copy of each current negotiated agreement I don't think we've ever given out a full copy but at least They're all online like per I don't know if we need to update some of this policy language that because we don't necessarily give out you could but they are very lengthy. Is it better to clean up the language in the policy? >> Okay. The link is on the um well the board policy. Oh yeah all the but uh yeah I guess we are covering it because it does on the new board member packet. It has all all of the links. So it says access of to a copy of the board policy manual. That link is provided in the new me member checklist. Copy of the current negotiated agreement. All of
the union contract links are provided on that checklist. Yeah. Budget statement audit report. Are those >> My only question, you know, with that one would be like the negotiated agreements would I mean are we just talking just the union contracts on that because it doesn't really specify. >> Yeah, that's how I think we've interpreted it because >> Okay. Cuz that's how I didn't know how to take that. like am I supposed to like be able to get into the agreements we have with our snow plowing or our I'd be able to see what we're because to me when I read that that's what I think I'm going to be able to see everything that we're kind of doing. >> Yeah. >> That we voted in. So I don't know if we need to specify just
union. >> I think it would be helpful. >> Okay. Cuz that I mean I just mis I misread it when I read it. I thought I was going to get like people to see. >> I think the big missing part is an official sit down. This is the official board orientation meeting >> because uh this does put a lot on a board member to go out and understand how >> you know where is it on the website, where what are the contracts, all of that. Um so just in my takeaway I think just having an official um you know I know you new board members meet with me uh meet with the president but there's not a checklist in that meeting to go through and say okay this is what this means this is what
this means. So yeah, I think just setting that once they're elected um and even probably before they take office um you know in December come in sit down go through check these things off >> that probably be pretty helpful. >> Yeah, I think definitely. And I think just the fact like when I met with you like when I left I was like that's it. like we're just, you know, I was I was really confused cuz all we talked about was this, you know, your stuff and I was like, okay, like, well, what about the board stuff? >> Yeah. >> So, I think that would be extremely helpful. >> Yeah. Because I'm not the board. >> Exactly. So, having two separate and making that well-known like Dave's going to talk about Dave's stuff and we'll have
a board orientation talk about board stuff. >> I think you could do it in the same meeting too as long as you just make it clear. >> Yep. Yeah. >> Yeah. Well, I think that and and you know, whoever's serving the board president position, I think, you know, that individual would probably appreciate having a checklist to make sure that you get to everything uh and and keep us uh keep us on track and accountable. So, I I think that would be excellent. Um >> Yeah. And maybe if we go back and look at the policy, it does say, you know, currently it says meet with the board president and or the superintendent. Maybe it should be and eliminate the or because we've always, you know, I emailed out a welcome packet with a lot of
the same lengths, but again, >> if you don't sit down and kind of talk through it, it's not not quite the same. So, >> yeah, I think if we could change on the policy to end, that would be >> And Summer, you're taking notes of all of this. Thank you so much. Okay. So, BL will say union agreements then on that policy. >> Yeah. Collectively bargained [clears throat] >> of each collectively bargained agreement. Okay. That's better. Yeah. >> And then the Neola that board policies for Niola. >> Yeah. That's >> now where was that emailed to us like because I still don't know. >> Yeah, it's the I think it's the third one down on that checklist and then it was it's just all of them on our website board policies. It's the third link
and then my email I had the link to it but again it's one of those I think if you don't sit down and say like >> to go through to nowhere. >> Yeah. >> Okay. >> And an important distinction too is how to use that Because if you just go to the homepage on our page, >> click on board policies, it pulls you to just the um Neola policy page. You then need to select policies to then get into the local policies because if you just search on that first page, it'll pull up all existing Neola policies and it might be ours, it might not be. Once you click on policies in the upper right hand corner, then you're specifically looking at Alpena public adopted policies. >> Perfect. Good to know. >> But that's is
that now that's just specifically for Neiola. If you wanted to know all of our policies though, you'd have to go to our board website >> and then go to the what is it? Board docs. >> Is that how you would >> um So what I do is I go to our website schools. I click on uh board education policies >> and then on this screen you know I go over here to the policies. >> Yep. Yep. Yeah. That's board docs >> and then that's Yeah. >> Yeah. So that that would be that would be another way. >> Same is that the same that's a different link though than the one here that is >> where you log in. >> Just neiola.com, right? >> So I wonder if we could provide >> both. I never use
the neiola.com. I always go to the the um >> Right. >> Yeah. Really the only reason you would need to go to the specific I think is when you are um you know Summer goes in and sees the the proposals, the drafts and does a lot of the editing work there. >> Um whereas you're not necessarily doing that. You're just looking at the existing policies. We present the proposed uh policies and then do the work in that login site. >> Oh, I see. >> As we're on that um so if we added under the third one the board policies and also add the um >> board.link link. Another I think um helpful area is just our board of education website you to go on there and then how you can find like the old board
minutes like to show you know how you can go back and read all the minutes look at previous um agendas just to show that this website does exist. Um link. >> Yeah. And it kind of goes along with I mean because on here on the checklist already has the bio information and that's where the bio information populates is on there. So when you talk about like what's going to be on your bio update then this is where it shows up. So >> um I think just >> yeah APS board policies. I think we could even clean up this checklist because um certainly different categories APS and email tech with badge >> shouldn't necessarily be in the same list as open meetings active. >> Oh yeah. Oh, that would actually help. Yeah, I would think that
would help organization if we did. Yeah. Just kind of clump these together into categories. >> It's a I mean And can we do a different checklist because we've got like forms that they need to fill out. >> I'm just saying we could categorize the checklist. >> Yes. >> Don't change, you know, get rid of it or change, you know, other than the modifications. >> But in my mind, when I look at this list, it means that APS ID badge and open meetings act are of equal importance and depth. >> Yeah. >> Right. >> And one is simply, >> you know, >> one is housekeeping, one is something else. >> Yeah. That's terrible. Yeah. Yes. Yes. >> One thing I really liked on your list, Monica, was access to Robert's rules of order reference materials. I
think that that would be really useful. Do we have do we have like a copy of Robert's rules here that we can refer to? >> I mean, I have a copy of the book. >> Oh, okay. Oh, good. Good. I mean to print off that book. >> Oh, well, no, no, no. No. I would say if there's a if uh if there's maybe we could even encourage um board members to check that out like you know, sort of like a you know, board library and just check that out and have a look. I mean you're not going to digest the entire thing in one in one sitting but maybe just to get a sense for the uh the enormity of it but also you know uh stress that you know we are uh I would
say even more than nominally a uh a Robert's rule sport um where you know in in such you know that it does not conflict with any of our policies. Um, but yeah, I think that would be really good to encourage them, you know, just put that on on on a checklist to, you know, um, and just to make sure that box is ticked like has been invited to check out Robert's rules book to review. >> Uh, can still email one out or like mail one when you join the board? Like the little um >> Oh, yeah. I think they do have like a perimeter of some kind that does. Yeah, I think they do have a perimeter that goes out. >> You give everyone this? >> Yes. Yes. >> Yeah, you get that. It talks
about it in there a little bit. >> Yeah. Yeah. And we just went over that and I think anybody who didn't have a copy has gotten one uh now. >> And that's when it says up here on the open meetings app, they also get a copy of the guide. >> Okay. >> Yeah, you can digest Robert's rules down into a little bit more manageable form. Uh so if we could get our make sure new board members get their hands on that that'd be helpful because yeah a lot of times we just go from our experience and one of the things that's you know in our experience is like this friendly amendment business which is really not how you amend amend motions um and u um having that spelled out uh at the beginning would be
helpful because a lot of people if they've been county commissioners or whatever they have these traditional ways they're used to doing things and they think it's Robert's rules but it really isn't. Uh, so there's there's a lot there. It's a little daunting, but uh getting started on that right out of the gate would be good. So, thanks Monica for putting that in your list. >> When you summary, we're doing the um the MASB workshops and classes. Is um do we talk specifically? Is that a good time to kind of show how you can sign up for the new new board member training, the superintendent evaluation tool? Like is it beneficial to have both of those like highlighted because they're >> something just so we don't >> Well, as recent uh experience shows, we we need
to be maybe even a little more forceful about making sure the board members understand the importance of certain trainings, particularly the superintendent evaluation tools. since we have somebody who won't be able to join us in that process this time around uh you know because she hasn't completed the training. So uh I would say any chance we get to uh for lack of a better term beat them over the head [laughter] with some of these you know really mandatory things uh I don't think that that will be a bad thing. We could do it gently of course >> and then I don't know if there's a place for this or not or if it's I mean you can say look at the MASB but I think too like you know how we we vote on these
certain we vote on the MASB we vote on these other things that we're in. I think if there could be something more for each, like I said, uh the MASB, like I would have changed my vote if I would have known exactly what all entailed the MASSB for us. I would have had a yes vote, but I was not completely sure on everything that it entailed to be part of the MASB. So, I think that's really important too to have something like that. Do we think even like if and I agree on the if we're just sticking to the board of education website like just looking at it right now how we have board member resources and in that category we we have the two I feel like there used to be more right now
there's the eight traits of the effective school board uh APS board policies like would it be better if we had a few more links on here like and you could include a link to what does mas there's got to eight trades of >> well like the fact like you know for our set insurance we need to have MASB like that's huge to know that like >> I have to look I feel like I saw them I was looking at another district's website recently to see if their board member I think they're all on MS's page. That's it. Because yeah, if you go to MASB's page, they have different um like you can just provide a link for this, right? What do school boards do? >> Yeah, I think we had them on the old website.
>> Okay. And they're not there. >> Changed with MASB and we're not allowed to put them on there. >> Well, this just this is just their website though. >> And on our website, I don't know that the links there was something. I'll have to check. >> Okay. be weird if we can't link to their website. That would um but yeah, if we could have more links on there be helpful to kind of have a good one one spot to for new board members. you know, we got the checklist, but if this if our website was a little bit more beefed up too, then people as they're looking to run or prior to their introduction, prior to their orientation, they could be using this website as uh beginning landing spot to start their training versus waiting
to actually start your role. So one of the uh you know managing a website is always um a difficult process. You know as soon as you put something there it's essentially out of date and what's the calendar to update it and u you know who's responsible. So internally we're trying to figure out what the right balance is of the building principles managing their website their page and making all that information. And some of those pieces are pretty easy. we need we know the handbook has to be you know redone on an annual basis and schedules staffing things like that any changes um so what I'm saying is this would align to if we identified either uh an ad hoc committee for the board or an individual of the board that's responsible for kind of laying
out what you'd like to see on this board page and then also just kind of keeping an eye on it making sure that it's up to date >> um we can then find the people to facil you know make Lee essentially I can put the links the documents those kind of things but you know just balancing too I'm the superintendent not a board member uh I'd rather the board kind of design that page and and direct us on how to what to put on there and that's that sort of thing. Um I think that'd be helpful. >> Yeah. Well, even if you look, if anyone gets a chance, if you go to, for example, TCAPS, their board of education page, they have um like the link to viewing the board meetings, uh the all sorts
of and then they've got a down at the bottom um pretty much anything that you would want to find, but it's very it's easy. Board policies, guidelines, public um foyer request, and then there's a whole section on interested in becoming a board member. And when you click on there, it talks about um you know being a board member, but there's a lot of and then another link board member resources where they have their and then everything listed their bylaws um first year orientation link um from MASB MASB candidate guide to school board election MASB link checklist for new board member orientation open meetings act a link for Robert's rules of order cheat sheet, which I just looked at. It was amazing. A link for Robert's rules of order quick reference. So, um it's nice that
it's all kind of in Yeah, like the Robert's rules of order. I just looked at that. I'm like, ah, this would have come in handy when I was a [laughter] like [gasps] >> uh speakers. There's just a lot of And obviously you don't need that much, but I just like that their page is an easy um >> Yeah. First, it's I like on the homepage, >> whereas ours is, you know, we could easily make it one of these. >> Kind of fighting for >> territory here, but you know, you have to click in, scan this big, and then find it. So there are, you know, if we dedicated someone to kind of lead that charge of finding an example and kind of directing what would be helpful and what we like, what we don't like.
>> So I feel like a lot of the stuff that we have on our checklist are all also links that are um on TCAP's website. >> Yeah. and >> and just like you know great that we get the paper copy but also right didn't get it or you misplace it. It's nice to be able to just like or like I said before you actually take your oath and start you can be >> go through everything you know >> and I do think it would be helpful to sit down like even a month before for both of these orientation you know board and superintendent because then you have time to go through everything >> you know and I like I said I I really think like the board sit down with the board president is going
to be really important because >> you know yeah you can click on the links and try to find stuff but what really is important in those links techniques. Yeah. >> Well, then that that categorization we were talking about with that with that checklist, then we can get, you know, certain things would be, you know, certain of those things would just be an HR trip. Some of them would be superintendent and some would be board president. And then again, if there are further checklists, check check I can't speak checklists to uh to make sure that you get uh all of those uh ducks lined up. Um I think that would be an an improvement to the general structure of the of the orientation. I was just going to suggest would somebody like to be I don't
know maybe Anna would you like to be the the board education web p board of education web page zar >> sure I'm happy to work with Lee and >> that would be great with >> your your your your thoughts on this are very well organized and I think you clearly have a vision um that would be really cool >> and the good news is their website is aptagy as well and so is ours so oh >> okay >> all of this can be I mean, if we find someone who's doing it well, let's not recreate the wheel, right? Like, >> and if it gives helps out is is Lee who does our website. I guess I when I say that, I'm not totally sure who >> Yeah, he's the the driving force. Um, there's others
in the district. Summer can do a lot of the technical background, uh, things like that. Um, but I would start with Lee because he's got that probably had the most training, I think. >> How are we doing on your list, Monica? >> I think we I mean, everything seems like it's either on this first page or this back page here, the second page. >> Oh, the uh >> You know what I mean? The Mazby. >> Yeah, the the the first three pages that we have in this packet. I think everything's at least on these. But I I don't know how much of the MASSBY are we using for ours. >> Well, one thing that's on the MASBY that I think would be good to maybe explicitly put into the let's say the board president meeting
would be this explanation of the uh where did it go? Oh, it's gone. Um I just saw it. Board explan explanation of the board packet. Um where did it go? I just saw it. Oh, there it is. Second to last. An explanation of the board packet because uh and that could be uh uh a nice discussion. Um some of these other ones could just be dovetailed right into that um in in discussing how meetings are conducted, but understanding what you're seeing. Uh if you're seeing it for the first time, that's definitely a good one uh for the board president to sit down with the new member. And I I would I would think that that could be included in that board president meeting as a checkbox. But uh >> Yeah, I like that idea. Checkboxes
are great. >> Yeah. >> One one thought I had and you all can tell me what you think of this. I given that um I was just looking at the page five I think it was. Yes, page five. Um the legal authority of school boards in the MASBY. This is the MASBY packet. And um you know it gives a little history which is good. And then it gives those basically it digests the those things that school boards must do out of the revised school code such as educate students, provide for the safety and welfare, acquire and maintain uh property uh etc. Um I uh I think one of the things that really stands out to me uh is setting the curricula and courses taught in the schools. Now, you know, of course, I think there
are folks out there that think we'd like to do this by ourselves and not involve anyone else, which is certainly very far from the truth, but it is a board product. Setting the curricula is a board product. And I think we could stress that better. And maybe something that we could do is provide new board members with an overview of uh state standards or at least like a link because we were talking about this the other day, get them in touch with a link on how to find what the state standards of education are and then and then of course once we have our our new fancy and amazing uh curriculum page, I'm really looking forward to that. Uh provide them with a link to that. So just thinking ahead about that being completed uh
that would give them a grounding in what this board product of curriculum really starts to look like um and uh help them understand their role in that. So that that was one that I I thought we could uh put in and I I wouldn't even Is there is that in the orientation? That might even be something to put into this policy. Um maybe we can we can we can have a as as we're getting as we're getting not yet but as we're getting finished with this orientation pro policy uh or process rather then maybe we can sit down and think about maybe things to propose or if anyone has thoughts uh please uh speak up uh things that you might include in that orientation policy uh just to flesh it out a little bit more
make sure we don't drop anything I've already put on my own, you know, overview of curriculum and uh we can certainly add anything else that isn't already there. >> The other thing I put on my list here with um financial department and HR, I mean, I don't want to get, you know, throw too much at new board members either, but I don't know if opportunity in the first three months or so to sit down with Mary or Michelle for a few minutes because it is a lot when you first look at some of these financial numbers. And I'm looking at like, you know, I mean, I don't have financial background, so it it would be nice to sit down with Mary in the very beginning to kind of look at like how this is set
up and how what we're actually looking at. >> I think that's always been offered and I think I did that when I came on, but maybe just explicitly listing it uh you know, saying, "Hey, >> add it to the checklist. Initial meeting with finance, initial meeting with >> just even if it's a five 10 minute, you know what? Just to here's what this looks like. Here's how it's set up." Just so you're, you know, you're not in the middle of a meeting. It's the first time you've ever seen it. >> Yeah. I mean, even under, if [clears throat] we're going to categorize them under the central office structure, you have two little check box underneath. Introduction meeting with HR, introduction meeting, you know, with >> Yeah. And it's interesting, you know, we used to have
a problem lately this hasn't been the case, but we used to have a problem with people, you know, getting on the board and then just quitting really quick. Um, and I think that was because they didn't really understand the job. I think maybe people board members now are very highly invested, which is great. um and uh are less likely to do that. But uh if we do have people [clears throat] who are interested in coming on or being appointed, maybe giving u I like the idea of flushing out this web page so people can go on there and really see what the job is because I think a lot of people get on this thing and they're like whoa this is way more than I thought and we want to avoid that because that just
you know that is not efficient. >> Yeah. And I think too as far as being a new board member, it's like these votes are really big serious votes and I just want to make sure when we have new board members that we know what we're voting on. >> So um but then the I guess the only other thing I would say is um I know on my little list here I put maybe like a 30 to 60day check-in. >> I like that. >> Oh yeah. >> With board president and superintendent. >> What' you say? the on the bottom of mine >> 30 to 60 day check-in followup just to like review make sure we got everything if we're missing anything. >> Yeah, that can still be even on the new board member checklist is the
last thing you schedule a 30-day check-in or a 60-day check-in or something >> or whatever we think would be >> probably 60 days sit through two >> maybe 60 to 90 day even >> get a few meetings under your belt and workshops and >> I think that's a great idea >> just make sure we didn't miss anything. >> Yeah. I am getting shivers down my spine. We are engaging in productivity. This is really great. I love the suggestions everybody's bringing. >> I think too when you have board members that aren't, you know, you don't have an education background with a lot of this stuff. So, what you know, you guys might think we already know about, we actually don't, right? >> So, I think like the, you know, the recap at the end would be
good just to kind of fill in some of the gaps. >> Yep. here. So summer on uh on this like it looks like um you you know you said whatever that Monica had filled it out that she got the packet. Is it maybe then a smart idea like when it's all completed like just so that there's I'm trying to think if there is a way to you know you once you check everything off that everyone signs off on it to show like yes I did my part and not you know whatever part that is just something at the bottom that everyone initials or signs that >> we went through it just so there's >> yeah just at the last 60 to 90 day checkin then we make sure everything's >> Yep. Could the 60-day 60-day
check-in do a um final sign off? >> Yeah. And I could see having two two checklists or you know just a 60 90day column to >> you know Yes. No questions. Yes. tons of questions and what's needed followup wise and >> yeah, I think it'll >> this page 19 of the it's the one it's it's the one that looks like this page 19 of this um well it's actually not page 19 it's more like page three but it says appendix A and u this is more this is more checklist but it goes specifically through uh you know these various areas of school finance facilities school curriculum and um you know in I mean we are working some of the things we've talked about in putting our in our initial checklist are here but this might
be a good one to do for the followup because then you could say okay so you've been through this process have you received information about each of these and if not then you can catch up you can look at that and say okay um >> and uh yeah well gosh you know what it occurs to me I have not heard anything about the district's technology plan um so maybe then that would Well, I like that too that [clears throat] this is our this is currently in the packet, but now if we're making sure you set up an initial introduction meeting, you take this packet with you and then as you're meeting with finance, you look at these eight check offs and you're like, "Yeah, let's make sure we go through all these. These would be
important things." So, >> it's kind of like a a checklist as you're doing the checklist. So, >> yes, more lists. >> More more lists. >> That's good. We make sure things don't get dropped. I like that suggestion, Anna. Thank you. I think that's a that's a great a great idea. I think uh just making sure that we get to stuff and then everybody will feel I think a lot more at ease. Um because I mean one of the things that's interesting about our board now it's a very diverse board uh and you get people who are from very very vastly different areas and uh that's uh I think that's a good thing being you know really primarily a policy board. We're not a working board because we hire a superintendent to do that. But, you
know, for us to become educated about our work, I think that's going to be good. >> Definitely. So, I think what I'm hearing is uh a couple of things. add some of the items we talked about on the checklist, categorize the checklist, >> and add some sort of 60 to 90day or 30 to 60day check-in column followup on each of these items, updating the website. Um and then kind of building a um you know an an actual meeting official meeting to sit down and you know whether it's the president and the uh superintendent or president vice president or another uh board member that joins um you know to get multiple perspectives but >> actually scheduling a meeting with the intent purpose of board orientation. Yeah, I I as we as we categorize that initial checklist,
um then each of those areas, you know, that can be covered by one of the entities, you know, board president or or superintendent or, you know, we could break some of these finance things out of that other list for the, you know, so the uh new board member could just go meet with Mary and take this list of of school finance checkboxes and >> make sure that uh they that person understands >> uh what's going on what's going on there and uh that would seem like a nice efficient way to catch all this stuff. >> And Dave, as you were summarizing that need and sums it, well, I think just add to that summary um view and Eric uh and then new year we uh add the orientation policy to a workshop once you come
up with Yes. Yes. So we can >> as we changes. >> Yeah. Absolutely. Yep. So, we'll just kind of keep a running list of things that we might like to see in that policy >> to give it a little bit more >> clean it up a little bit. Yeah. Obviously, not urgent since we >> knock on wood shouldn't need this still >> a year out, but >> yeah. Would we like another meeting um on these same lines to just kind of look at what we are we've produced or do we want to go uh uh certainly uh I can um or or one one of you can report on this meeting tonight um you know for the board but we could uh we could have another meeting just to look at our materials as we've
got them prepared. Would you like to do that or >> Yeah. Um, I mean, as far as organizing the checklist, that's fairly simple. Website, obviously much more involved. Um, >> maybe a to be determined like Monica as the chairperson, you can update tonight where we're at and then as [clears throat] we work on the checklist, obviously, you know, busy time of year, but >> as we get that going and I I'll meet with Lee and we get the website and then maybe once those are done, then we schedule another meeting. Yeah. Okay, that sounds great. >> So, I would think January would probably be a good time to just come back and update. >> Yeah. Yeah, that sounds really good. >> Not January. >> February. >> We can talk. But and I'm just like as
far as just reorganizing the checklist. Not everything that goes with it, not all of that, but just >> so that we can say, "Yep, we like this view or we don't like this view." And >> how's that sound? Yeah. >> Yeah. It's nothing really necessarily urgent since we're not I mean at this point like you know we're behind behind behind the game so we're just now getting ahead for next this time next year. So >> So um Monica and then in uh board member questions, comments and such tonight since we don't really have a place for committee reports at this point. You can report on this. >> Yeah, I'll just let them know we met and what we're going to be >> working on. Sweet. >> Okay. Great. All right. Well, if that's uh if
that's all we don't have anything else we got to do uh except for uh public comment. We have uh we're we're ready to proceed. Yes. Come on up. >> You know who I am. Excuse [clears throat] me. You know who I am, so I'm not worried about that. My question is, if you get into February or March after somebody is seated in in January and you've not been able to get connected with the the new people, what happens then? Either they can't come to get togethers or the president is just swamped and doesn't have time or their work schedule doesn't let them show up or something that then what do you do? Obviously, you can't boot them off the board. So, what will be the followup for people who can't don't or won't participate in
all of that? Because you're the expectations from the beginning and again discussed this morning. That's a lot of that's a commitment of a lot of time and reading and thinking and asking questions and knowing the right person to ask and all the rest of that. So what happens when you get three, four months into this new term, new person on a in a term and all of this stuff, much of it has not happened and I don't need an answer from you now, but I think you you need to be prepared because you can't boot them off obviously. So and if if uh if if you don't do that, then that person just struggles and stumbles and is is not particularly helpful. And that's not good. I've seen that a couple of times especially folks
would come in what their motivation was in getting the getting elected or appointed was not really clear but then nothing happened or they would kind of doze off and going to sleep through board meetings and that got to be very very uncomfortable for but everybody on the board and I suspect the sleeper as well but I wasn't ever sure of that. So anyway, be be prepared for that please. One other quick thing. I know there's a there are policies. I know there are forms. Is there a third collection of documents in the I think it's in must be in the policy manual. I can't I I don't remember. It's too long since I've looked at that stuff. But um board members need to be I think need to be aware that there are forms that
are cons that are in like a field trip permission attendance form for instance. >> Yeah. >> Okay. There are forms and policies. What else is there? Is there is there a third thing or is it just those two >> guidelines? Okay. And board members need to be aware of those things as well. I think so. That's it. >> Thank you. says policies also addines. >> Okay. >> Good. All right. Um so our next item is advanced planning. We have a meeting tonight. Um no. Yes. Yes. Tonight and next week. Yes. Tonight and next week. Uh and then we're into January. Uh so uh that's uh I guess with that um I will bid everyone a uh wonderful morning uh and uh afternoon and we'll see you tonight. Yes. Thank you. All right. We are adjourned.
