003Um but I can go over that. >> I would be happy to. Bear with me. I just need a refresher. I feel like Monday was a very long time ago at this point. All right. So, at the promotional committee, um we did have the majority of the discussion was um about a potential upcoming event idea that we have um called the poker run. Um that's near the end of that, but um they did we did touch on other topics. Um I don't recall the conversation about the trail town. Um there's note about uh the Polly Ann Trail. >> Yeah, I think for that, we're trying to promote the fact that we have the trail so close and that we have the bike shop and how are we going to try and create more excitement around

004that. So, I think Holly was going to reach out if I'm not mistaken, was going to reach out to Larry to talk to him about seeing if we could do like a fix-it station somewhere within that quad. Um very easy fixes and then kind of directing people with larger fixes to the bike shop. We are also promoting um they have two events per week throughout the summer that we're helping to promote a little bit more vigorously than we have in the past. And then really thinking about how we can help support getting people from walking on the trail into the downtown and vice versa. >> Excellent. Yep, nope, I remember talking about the fix-it stations briefly as well. So, um we'll get some follow-up from Holly on what is next with that um when she

005speaks with Larry. Um there was discussion on the downtown gift cards, a lot of technical issues and learning curves and different things like that. Kind of seeing what the feedback is and if it's going to be a continuation or if that would be a closeout at some point. >> Yeah, just a quick update for the board on that. So, the feedback as I know this question came up and I wasn't at that meeting either, but um, the question came up around should we continue with the gift card program because there is some challenges on the business side to actually redeem them properly instead of double issuing them essentially. Um, there's been issues with customers going in and staff saying, "Hey, we don't take this." And they're like, "No, you're on the list." And they're like,

006"We just don't do it." And so, it's either staff that doesn't want to do it or they haven't been trained properly or the manager isn't pushing it. Um, so we've done some preliminary investigation and what we're finding is that this is the only company that we are aware of at this time. We're still looking that offers physical cards. And I think that's probably why this company was chosen in the first place to have that physical card because we do have more of of a mature community and people like to have physical things. Um, we've heard that from people coming to buy them that they don't want to buy the e-gift cards, excuse me, because their recipients may not know what to do with it or how to redeem it properly. Um, we're still looking into

007it, but that's kind of what we're finding thus far. >> Yes, and then we had discussion um, cuz we were talking about the um, in-town like Olympics or doing something along those lines, some feedback from businesses. I I don't know if it was pushback or more so just not sure what to do. On a simpler scale, we the goal is to have something in Q1 where we can bring more business down to the downtown businesses and get people excited to shop and be out more frequently. Um, so the idea was based around having a poker run. So, each of the businesses that are participating would have cards on hand and then as people went out and frequented locations, they would get cards, and then they would be able to at a set time, which we're

008still figuring out the details of how we would outlay it. Um they would send in their their hand, essentially, and whoever has the best hand would either get a down a downtown gift card or a location gift card or, you know, something along those lines to give back to the businesses themselves. Um you know, or there's different ways that we can do that even if the gift cards are not going to be the way that it goes. Um but we thought that that was kind of neat, so that way it gives you the idea of saying, "Hey, you know, I want to make sure I stop in the five different businesses at least throughout the month." Whether it's going out, you know, to grab pizza at say pizza, grab beer, you know, grab you know,

009anything at those locations and get a card each time you go if you're participating. And then, you know, who's got royal flush, who has a full house, different things like that. >> Yeah, so the goal for this event is to get people in the doors. So, yeah, the Scavenger Sweep where people are wandering downtown and they get to see the businesses, but we wanted something that people are actually walking inside to have to do. And when we talked about the Olympics last last year or earlier this year, rather, we were really excited about it, but it requires kind of a lot from the business owners to set it up and kind of manage the games, so to speak. So, this is something substantially easier where they can just hand over a card. It's still kind

010of fun. It gets people inside. So, that's where we're going with that one. >> Yes, and then from there, I mean, the cost to the DDA would be a whole lot less as well because, I mean, you can get custom card decks that are, you know, downtown Oxford cards, so that way we know that they're coming from the original location itself and things like that. So, I I don't know, I think that would be pretty neat. I'd be excited. Think about the, you know, Monopoly boards, how how excited people got filling up their Monopoly boards and wanting to get all of one color. This would be the same thing where you're going out and you're getting cards and you're wanting to get a good hand. So, I think I I it might take a little

So, this last meeting we had updates from our Roots and Renewal event over this past weekend. We had our flag retirement event. You may have seen the sign as coming in and out of town. Sounds like there's still some more flags around town that need to be picked up, and that's okay. We'll still make sure that they are collected and disposed of appropriately. So, that is all moving forward. Um more stuff that's happening,

012there's a library scavenger hunt that hits a lot of the downtown locations as well. So, hopefully that'll be um an incentive to drive more folks downtown as well. We have our law enforcement appreciation event coming up. July 8th and 9th, we have things and stuff happening. So, July 8th, we are going to join in the nationwide reading of the Declaration of Independence. July 9th is when we're going to do our full 150th in conjunction with Concerts in the Park. Um updates on time capsule coming soon. Uh music, everything kind of seemed to be 150. And then we also this month have our June 26th as part of the Great American Bar Crawl crawl. There'll be a dunk tank in Washington Square um as a fundraiser for a new flagpole. I heard they're looking for volunteers.

013I'm so busy that day. >> [laughter] >> We are continuing on, but we're coming close to closer to the end. This is just the ad hoc committee. So, once all these funds wrap up, this committee will essentially be null and void. I just got the paperwork today for our state historical marker. So, just got to sign off, send the check to the state, and we're hopefully on track to have it by October 3rd. We can't really officially set a date until we hear from production, but we're moving forward. >> Any other questions or anything? Good. Executive Director's Report. >> Yes. So, just one quick add-on for the dunk tank. For that event, it's a restaurant week that's kicking off on the 27th, and then the pub crawl is on the 26th. And um Stamp Adams

014is the sponsor for the the pub crawl, which I think is hilarious, especially with this dunk tank idea. I think it's going to be fantastic. So, I'm really excited about that. I didn't explain it's Dunker Red Coat. >> Yeah. >> [laughter] >> So, it should be pretty cool. It's going to be Yeah. It was It was a really fun idea, so. Um So, yeah. So, last Thursday, we went to the um Main Street Open County Awards, and while we did not bring home any awards this year, which is okay, we did We were one of several communities that were selected as a rural community and received a $20,000 grant. So, we're very excited about this. And so, um we have a couple years to use it. I still have to read through all the small

015print of it, but um it's really to help move things forward within our community. So, Justin and I have a lot of ideas, but once we get those together, we will come back and kind of talk through what grant is and kind of what our recommendations are for that. Um on not as fun news, we did hear back on the T-Mobile grant that we had applied for for the snow plow, and unfortunately we did not receive that. So, we will talk about the snow plow later today. Um American Bloom will be here on July 16th. They are coming to do just an overview assessment of our district around our beautification efforts, our culture, and our um environment that we offer. Um so, you might see a new sign that will be up temporarily while they

016visit to show our community pride of the organization. We will see how it goes this year if we want to continue our membership after this year, but this is a pilot year, so we're excited about that. And that's all I have. >> Very good. I'm so sorry about >> I just said one and two. >> Um so yeah, so we are in the final stretch of our Arbor Ridge All of the money is need to be used by the end of September of this year. We have approximately 40 or low $40,000 to work with. Um we bid out the gazebo, and unfortunately we had zero bidders, so I think that tells us kind

017of where we're looking for that. Um the feedback that I got from our project manager was number one, timing-wise, it seems like a very small project for some of the larger um companies, and that they're not going to choose to bid on something that's that small and that cheap when they have larger projects that they can work on. And number two, I think they were having some difficulty getting some um resources. Some of the suppliers were a bit challenging to to feedback or financials from with pricing parts. There we go. Um so that being said, uh we walked with BSI a couple weeks ago to the southwest quad behind Costa Evergreen, Sparrow Sparrow, and took a look at the sidewalks over in that space. We actually went He was there, Rudy was there, BSI was

018there. Um and we just took a look at what would need to be uh repaired in that space, and surprisingly, the quote came back a little more reasonable than I was expecting. So the quote from them is 57. Uh that does not include any sort of engineering or project management costs, but I think this is something that is definitely doable from our budget standpoint, and it ticks off the box for ARPA, and it ticks off the box for our uh suggested capital improvements for our next fiscal year. >> Yep. >> Does this have to go out to bid? >> I would say it should be done because basically we're using the ARPA grant money, and they were the contractor that did the rest of the work that we already did. So this could be done

So, we purchased the trolley in 2023 for $6,100. I had a lot of naysayers that they thought we weren't going to get anything for it, and we ended up getting $4,900, which I was very happy about. So, I actually spoke with the new owners. They're going to be repurposing it for a stationary attraction, whether it be a coffee shop, I know. I know. A coffee shop or like a little store kind of little attraction down in the Dearborn

023Dearborn area. So, I'm pretty excited about that. Really, really nice gentleman. >> 8C, the Skyline lights. >> Yes, so that was also put out to bid. We had two bidders. One was about half the price of the other one, so we did end up awarding that to Excel Brothers. They're working with Mickey to get We have all of the agreements out to all of the businesses because of the timing and being so close to our end of fiscal year that we can just knock everything out at at same time. We don't have to space it out. Um so, that's going to be chugging along here >> Uh number nine, new business. A, the fence. It consists of working with in conjunction with the DPW of removing the half-dead nasty overgrown junipers along the westerly property line of that northeast parking lot. They will all be removed and the whole area will be cleaned up and prepped and then a fence company will be coming in and installing a new fence all the way down through there. And then at the same time that the DPW will be taking care of putting weed mat down and cobblestone or stone down on the bottom of it. >> It's going to be great. >> Clean the whole place up cuz it was

So, as I mentioned earlier, unfortunately, we were not awarded and the money to purchase the snow plow, but in conversation with both Pete and Joe and talking to the business owners over the December-January time frame, we do see how important of an issue this is and how much having DPW manage it and coordinate it would help support our goals for a walkable, safe downtown. So, the quote included in here is what was submitted for our grant. Um we don't

029have to go with every single bell and whistle here, but all of them together are 59,620. And that would include the all of the little attachments, the V-blade, the narrow broom, and then the snow blowers, and the cab, so they would be protected from the elements, as well. >> Joe? >> Yeah. My biggest almost only concern with this is managing expectations. The goal isn't that everyone can put away their shovels and do nothing downtown if this takes place. It's to It's to provide one or twice through to allow walkability and at this time those businesses who are may not be open that day or may not maybe opening later that day get around to doing their portion of the along the buildings and stuff. It's not It's not street to door. It's putting a pathway

030to make it walkable, safe through areas. It's not complete and it does not include salting. It The plan that we've discussed, I should say. The equivalent I They brought it out a week ago, tested it over to DPW. It's great. The broom is there for these the lighter snows you have, you don't have to scrape with blade. The V-blade might be the one that anything that gets done inside that's not 100% needed. It all depends. There's some narrow spots further down 24. But Rudy can talk to that more because he knows this equipment. Exactly. Blower and the broom are already versatile. >> Murray. >> Uh Joe, does it include cleaning up piles that accumulate, you know, at the walkways and the corners and things like that? >> So I would imagine what they would do

031if they did anything Part of our thought process is to remove some of the barriers downtown along with the parking benches and stuff to allow the residents or the business and or whoever to push the snow into the parking bays when they're out there versus the lack, you know, of those amenities, you know. Lessening some of those make it easier for the businesses to push it into there. Once they push it down to the end of uh parking bays and pile them up periodically they will remove them. But it's a you know, 3:00 a.m. operation where you can get in there and do your work. >> I'm thinking mainly when MDOT comes through and they do their thing. >> So that might be another follow-up then because when they come and read out the snow

032out of the sidewalk >> Okay. >> probably treat that the same as a fresh snow. Right? Run that machine down there to get one width of the bulk. It doesn't mean it's all the way to your door. It doesn't mean it's all the way over there, but it's more of a people get out of their car and walk it down where there is some snow and there's no sidewalk to be seen. That's what the goal is. Let's get them a walking path. Now it might be and in some cases it might be a double pass, but it's not complete. That's what I'm saying because some places might have 10, 12 15 ft out there. It's not to take care of all of that. That was already our plan. We did a little pilot project on

033that. So those businesses will still have to do some work, clean up where their alcove or their doorway area. They still may have to push snow without into the parking bay when needed. >> It's a good start though. That's where we already are. You know, you're just pushing 3 ft instead of starting at the curb. >> Of course the primary DPW priority are streets and our own properties, parking lots. Our own sidewalk in front of our parking lot will be taken first. But normally we would like like a council member or something to drive a truck and operate or something like that doing it. >> I know, I'm just joking. >> Yeah, so I can appreciate all that said cuz that does make quite a time saver. I'm sure I don't don't know if we're like that down in my district, but I've got a landlord and they handle the parking lot and we handle our walkways and I'm used to all of that, but um the company in here that there is a quote from is great,

035but we do have a company that also sells these things that is in the village and in the DDA. I just wanted to make that that's that's the one thing when people start hearing if this goes through and if it takes place and happens that manage what's being expected. >> One of the benefits of it too is with the broom uh Uh, especially there is times of year when the sidewalks themselves get all the dirt and the dust and everything from that time with that broom in the summertime even they can

036still help clean up some of that stuff and some of the parking areas they can get out there and clean them out better than what the speed sweeper does. And so, we don't At right now, it's just two, and each cost of the tree is $1,400. This is separate from the $20,000 grant that we talked about earlier tonight. This is a $10,000 grant. We received the money last week and we had the board had approved moving forward with the marketing consultant to rebrand the DDA and so this would be signing the contract and the first payment of $5,000 to get going on that program. Right now, we're looking at the cost to not exceed the $10,000, which is what the grant is for. So, if we choose to do anything above and beyond that $10,000, obviously we'll come back to the board and ask for approval. >> Very good. >> So,
