pledge alce to the flag of the United States of America and to the Republic for which it stands one nation under God indivisible liy and justice for all all right uh good evening I will start out with my report this evening um so welcome and happy holidays to everyone this is our last meeting of the 2023 school year so I wish our community our staff our students and our and my fellow board members a very happy new year and enjoy your break relax and buckle up and get ready for 2024 um so last night I attended the gem showcase that I wanted everybody to hear about um and just wow what a what a great example of empowering personal excellence in every learner it it truly does just that like I heard all these great
stories um about how these individuals um have come to love school have really been able to dive into their topics and uh one of my favorite quotes for the evening was how the gem students um consider each other family that was really exciting to hear and just what great opportunities that we giv to these students um I did continue with some referendum work but I'm going to save those updates for our discussion topic later so we don't have to go back and forth um on Friday there is a staff student basketball game you might not want to miss at Prairie that sounds like a lot of fun um um oh and uh our board evaluation is planned for January 23rd and we're going to keep that date right so hopefully we can all be there
and um so make sure that you've got that on your calendars we don't want to miss this great opportunity and our board social is coming up too fast and furious on February 27th I hope I've got that date right so please make sure you've marked your calendars and Katie has once again agreed to help us out so really appreciate thank that thank you Katie what's the date again please 27th 27th of February okay all right when um and last thanks to everyone for allowing us to start a little bit early tonight um in the season of of of giving here we can stay focused tonight and maybe we'll even get everybody out a little bit early too so appreciate that and that's all I have so next up is public comment we have one person
signed up for public comment so Laura why don't you to come forward and instead of me reading through my whole Preamble or our whole Preamble are you familiar with uh the Preamble for the public comment yeah awesome Lord Davis and I am a resident in District 220 and first of all I have to say how delighted I was to read in the daily Herold yesterday about a barington high school student her Milana K and her hope to bring a restorative justice program through a pure jury process into the high school and I actually have spent a lot of years working in criminal justice learning and working in that area um and I'm really aware of restorative justice in County there are three courts already and there another one is planned and the first one was
in north laundale and just because the due to its success the other ones uh were set up um so I just support this young woman's plan and applaud her for being involved in this for as I read the article last three years and I just hope that the school board and the school will also work together to make this restorative justice program program of reality in Bearington high school so thank you thank you Laura um Dr W can I just ask that maybe you get that article to the board members so we can all read it yep be familiar I will put it in the weekly that would be great thank you and once you've got that noted I'm going to turn it right back to you for your report all right thank you very
much I'm sorry if I could just have a moment I need to find my cursor I lost somewhere no worries thank you it's all good too many screens too many screens there we go okay so for my report um common activity as the end of the calendar year draws nearer um something I do is to reflect on the events of the past 12 months and conduct kind of a year in review right um a highlight of things that stood out for me um taking our strategic plan from board adoption in June to where we are today just six months later is a real highlight um we've established a new workflow balancing our six priorities areas that are displayed on the screen um along with our existing responsibilities we built a new website to track and
communicate our progress we even accomplished one of our 28 objetives Ives within the six areas by creating a full day kindergarten program which we're going to hear a little bit about tonight and while we're off to a great start framework 220 will guide our work for the next three to five years um when you think about the use of visuals uh being an educator and thinking about education you know they're great teaching tools um they used all the time in our classrooms to reinforce Concepts and serve as reminders visuals are also an important leadership strategy and as we lead and govern uh here for the school district um another way that assists Leaders with high functioning organizations is to remain focused and to use visuals and so I don't know if you noticed in uh
conference room b or around the building um we removed our old visual reminders of vision 2020 you may have also noticed that there's a black curtain hanging on the wall and be wondering what that is for so tonight I'd like to share our new visual for framework 220 um that will be displayed here to help be a reminder and serve as a visual for our work together um as a board o drum roll I get one thing right tonight please don't let me mess up Sean did such a good job hanging us we [Music] [Applause] go very nice nice Sean come you can maybe ask Sean to come help you because that was super impressive and he's done such a nice job um he will then continue in our conference room uh A and B
where we hold professional development and other meetings with the staff again just to remain focused there's a a lot of things always pulling for our attention and sometimes it's good just to have reminders of what did you know this board our leadership our staff our community reinforce of what did they want for barington 220 and what is the work we're focused on so uh Janina if you switch to the next slide in addition we used to have um posters and Banners in each of our schools um that reflected um our strategic plan and so those have also been removed and rather than putting new posters um up but wanting to make sure we maintain that common alignment at all of our school sites we actually created tabletop displays that we will be bringing out to
each of the schools so if you're a parent or a visitor it doesn't matter which building or campus you're at um in the front area we've we've created those new environments as part of our referendum there'll also be a display um showing just that alignment throughout the district so very very impressed uh with being able to take this concept um and then see it through and then create these visuals as well so something new I thought would be fun to share tonight great yeah okay continuing um in addition um we opened up another new learning and activity uh space at barington high school on December 8th um our high school students are now in the space and the feedback has been so positive as the HRM will provide a number of opportunities for our students
and staff throughout the school day um just to kind of highlight a few uh of those areas you know the new atrm can serve as a space for independent work small groups um it can be reserved for breakout room rooms for classes or clubs it can serve as an extension to our cafeteria during the lunch hours it can also be used as a gathering space for a multitude of activities after hours much like what we did during our Winter WonderFest event and and starting there with our ribbon cutting um on the E so I'm actually looking forward to I think we're just scratching the surface of how that flexible learning space and um Gathering space will serve and I can't wait to see what we come up with next as as far as how we're
using it so lots of fun I'm really glad our high school students are now in in there and able to use it this school year um just a couple more slides um you know Sandra you had commented on you know the holidays and giving and just you know what this time of year represents I I would be remiss if I I really want to thank all the individuals uh who participate in our annual giving Day program um it's truly amazing to see our community and all of our our local organizations um come together to support our families I'm going to get choked up um this is an important resource for many of our families and we are truly grateful uh for all that goes into making this event possible uh every year um it's it's
amazing it really is and it's another example of what I believe makes barant in a special place excellent and then lastly I also just a quick holiday message right um I want to wish everyone a happy holidays um I believe that greatest gift that we can give or receive is the gift of time um however you may choose to spend your time over the winter break away from school and work I hope that everyone has a chance to truly relax enjoy the extra time in the company of family and friends and has a chance to reacharge so that ends my report all right yeah can we just also give a shout out to Santa McWilliams for being part of the atrium ribbon cutting and also for sitting for 4 hours for photos with our families
because I sat for two photos and I couldn't see anything after like strobe lights but Santa McWilliams thank you and and also um really good feedback from the atrian I had familes asking me if we could you know project snowflakes onto it all year round but I'm I maybe not in July maybe we could keep the Thematic lights going at some point you might need to cool down in we may need to but I when we we did a number of design meetings right um when we were just trying to think about what that flexible space could entail and there's a lot of different versions of it you're actually touching on something that our high school principal um Mr McWilliams is uh he had some thoughts about how we could do things with lighting and
recognizing events all year long so we'll leave it up to him to come up with where the creativity goes from snowflakes to maybe some other maybe some other areas so we'll see looking forward to that anything in Works Mr MC Williams or just not yet there are some okay stay tuned stay tuned we don't want we don't want to spoil anything we'll keep watching that live space for a while all right awesome all right any other comments or questions excellent let's move on to informational reports any comments or questions on this week's informational report hearing none let's move on to board committee reports so facilities met and um it was a maybe a record-breaking short meeting we had one topic we talked about the right turn lane into the ELC this is something that's been
in the works for a couple of years there was money budgeted for this it's part of the Prairie parking lot those of you who drop kids off or pick them up at Prairie know that it's been kind of a bottleneck traffic issues getting in and out of there so phase a was the Prairie lot and it's better um phase B is this turn lane and we're getting got information and approvals because it's all these different levels of government have to approve it and say yes we bless it and then we have to get a bid and get it done so this is uh coming up um later on in our meeting and we're very excited about it the bid came in $85,000 under budget so that's really good too um and you'll hear more in
a little bit awesome great Prelude Equity also met Katie and I went to that last week I'm still a little bit jet lagged so I don't even know what day it is but some of the things that we talked about was uh we learned about the Danielson comp another component of the Danielson framework which is really around responding flexible flexibly to student needs um which I think was a really fascinating discussion with some of the teachers and just hearing how they think about that and just responding you know in I guess in a more flexible way it's hard for me as a parent to think about that but I think just listening to the teachers talk about ways they just try to meet the needs of the students was really interesting um takeaway just sitting
there and listening um the next one is around the we discussed PTO Partnerships it sounds like there's some interest from the schools and from the school PTO and how they can really get involved in the diversity equity and inclusion work and so I know there's some followup with the building principles and the district Equity team to figure out how to bu that into some of the PTO meetings going forward um the next thing we talked about uh continue to brainstorm ideas for community community engagement it seems like that's a pretty big pillar for the team and just figuring out how we can push out information into the community to get more visibility and transparency and to what the all the great work that the team is doing so that continued into this meeting and then
the last thing was um they received an update on current student focus groups and brainstormed ideas on ways to just engage additional students students just to make sure that they're feeling that sense of belonging and we're making sure we're raising voices of students that may not often be heard in the district as well no I'm just gonna say our first discussion on with the Danielson teachers have a really hard job so I can't meet my own kids where they're at let alone however many they're seeing through the day I learned some tips right I I I mean we always PL that but it's great work excellent the referendum committee met we had we have not met for a couple months because so much has been done already there's really not a lot left but just
to be um official here Barbara Rose and North barington are the two elementary schools that are still just in the very final stages we're expecting um that the sites will be in use early in the second semester and uh board save the dates in um March we're going to have ribbon cuting for both both of them March 13th and 14th so we'll we'll go into that more but things are going well and I I I feel like a broken record but again on time on budget we're doing a great job so I give credit to our great group here that's a great broken record by the way yes I know I like it I like it and then um what is left with referendum is after these two are done is mainly going to be
at the high school and we'll be going through about a year from now through uh um the beginning of second semester in 2025 so ongoing not to you know be labor of the point but ongoing restroom Renovations we're going through the whole high school and we're making our way through more Safety and Security uh air conditioning for the auxiliary gym uh they're currently just starting on working on the athletic director's office things have been moved around and now that the new culinary space is about to open um where the old culinary space is is going to be the new athletic director office um and then they're going to be working on the entrances in back the two new entrances to make sure that they're again safe and secure but there's work to be done there
next summer the west parking lot will be done we did the the uh cook uh Lake Cook parking lot and now we're going to be doing the heart parking lot um and um then the student comments the area that we just had the ribbon cutting more work's going to be done this summer we're going to have some more breakout rooms and some more work that's actually going to happen inside so you know outside footprint we're pretty well done we're working kind of inside so it's very exciting and um I don't want to spoil if someone else has already said this but we're not going to be doing summer school at the high school this summer again just like last summer because there's going to be so much work going on inside it just decided it
wouldn't be safe and effective there will be athletic camps still at the high school but all the summer school will be at at the middle school um so that's just a little piece of information but as I say I can't repeat it enough on time on budget and we're just continuing to you know I give kudos to our our our facilities group because they're doing great work Barry just to clarify station where the summer school classes will be right it be this yeah both campuses both campus re used last summer similar process for this summer and we'll put out very specific communication to the the parents and Community soon so okay y I heard that it went really well at middle schools last year at facilities yeah so high expectations again for Success all right
any other committee reports Katie we didn't coordinate but we did do PTO president's Council yes since since we last met um um so Diana you already talked about some of the things that we talked about mpto President's Council we had a great exercise just on what um what the president we went around the room with the president's um some successes that they had and shared with each other so that we can all um each of the schools can learn from the others about what's what's been going well in in each other their schools we talked a little bit about Equity like you talked about so it's a followup that occurred in the equity meeting um what else did we miss Katie no I think I mean those convers parallel each other they very much did
yes it was the the goals are the same so that's great that they're teaming up together excellent the other piece that came up at PTO president Council which you'll hear a little bit about tonight during our kindergarten update is engaging our PTO presidents and PTO members with just feedback as we're continuing to develop our new full day program excellent yep yep all right any other updates okay shall we move on to our consent agenda do we have a motion to approve the consent agenda as presented so moved second um before I read through what's all is on there does anybody have anything they want to discuss okay I don't know what I'm doing wrong here tonight okay so on our consent agenda we have minutes um both open and close from December 5th um we
have fin the following Finance reports November reports for wage and payroll and treasures report and revenues and expenditures report and the bill list for December and then um last we have our um gifts and grants so a big thank you to Jim and Connie Nettles for their um donation to the barington high school robotics Club um and then we also have our revised Personnel report hearing no questions or comments I we go ahead and do a roll call Sandra Bradford yes Leah collister lazari yes Diana Clapton yes Steve Wang yes Katie carum yes Aon Chand ding yes Barry Al Schuler yes all right motion passes next on our agenda is our update from our U Middle School representative but they're not here yet um so we're going to just skip over that if that's okay
and we'll come back to that um um let's start with our first discussion item we switch the order um while while people are coming forward we switch the order so that um because we knew some of the action items were going to be dependent on the discussion so um Al turn it over you to take away um on W day kindergarten wow Melissa and Beck here getting settled and set up for the presentation um we did uh approve uh a new full day kindergarten model for next school year right as well as a klab and so um our administrators and staff have been hard at work really um several committee meetings trying to think through and develop all the different parts that go along with that both from a curricular and an instructional experience uh
for the students as well as a multitude of operations maybe I'll say it that way of of those pieces that go along so with that I'll turn it over to the team thank you been a little technical diffic here I can keep [Laughter] stretching we do have it in front of us too so I mean I know we want make sure the community can see it we can keep working on the technology would you like me us to begin or should we wait is that okay yeah going start okay all right here we go thank you so much for having Dr G and I here tonight to provide you with an update on where we're at with our planning for both full day kindergarten and as well as the kab and we can't thank the
board enough for your unwavering support of this important [Music] work just gonna let you keep going trying to be as innocuous as I can and just to keep us always focused on our why behind doing everything that's our mission state to empower personal excellence in every learner look at that an administrator all you got to do is stand up Troy and it worked and Janine thank you you're welcome and our our presentation tonight along with the continued work of full day kindergarten as well as the kab while it's housed under the Strategic priority of personalized learning is highly connected to all six of our strategic priorities and just to keep in mind as we continue our planning with full day kindergarten as well as the kab we want you to know and understand all that
is taking place and being considered throughout our journey and planning and so those things include but certainly are not limited to programming facilities curriculum enrollment as well as finances and to help support us in our continued planning we have launched multiple steering teams to support this work as it relates to full day kindergarten we've launched one steering team and their focus has been on curriculum and instruction and what do we want the full day kindergarten program to look like from a curriculum and instruction standpoint and then as it relates to the kab we have launched two steering teams one that is focused on curriculum and instruction both from a kindergarten perspective as well as a high school perspec perspective we actually just had our third meeting this morning which went very well and our second
steering team for the kab is related to All Things operations and so everything that we need to consider anywhere from facilities to transportation to student supports it's being discussed and considered at the operations meetings Okay so first of all I do want to relay a huge thank you from kindergarten teachers um to the board just for supporting F day they are so so excited so thank you for that um so as the team met um we talked about well what will full day look like and how will it be different from half day and we talked through a bunch of different things first and foremost um as you probably remember a halfday schedule is really tight for learning in kindergarten and so we wanted to really optimize the learning time especially in literacy and math
for personalization for some small group instruction that really tailor to the needs of the students um so that was first and foremost that we wanted to make that a goal for us another component is that we do embrace the enrichment time with our students because we see just such a strength in building the social skills during that time and also allowing students to explore their passions and their interests and so we wanted to keep some of that purposeful play or enrichment time with the students so we can continue to see those skills develop in our students um we have infused already inquiry and problem-based learning and we're talking about how we can even expand that so taking some of those enrichment ideas and bringing them back into our content having time to explore them in
our core learning um and then finally just focusing on equity and making sure that we have the learning opportunities across our district in all of our schools so we're really excited um so a sample full day kindergarten schedule and again this may change depending on specials times and all those other things that go into making a building schedule um but you'll see that really we want to expand literacy so from the half day it was an hour and a half so 90 minutes we want to expand that time to 2 hours it doesn't mean it will be all together of course in kindergarten we know best practice we know kids have a certain attention span and then they have to get up and move so we have movement breaks throughout that time and then also
math too we really only had about 25 to 30 minutes for math in our halfday program our core program so we're going to expand that really to 55 minutes and again spend some time with individualization personalization of instruction okay really to to um really meet the kids' needs where they're at so we're super excited um you'll see specials are integrated during the day and then having that half hour to 45 minutes enrichment and purposeful place still during the day so students can explore their passions and interests okay all right now transitioning to an update on the kab in our planning so the work of the kab steering team that has been really focusing on curriculum and instruction wanted to create some core tenants that would help guide our work for all of the learning experiences
that we create for our kindergarten Learners who are uh learning at the kab and so the three core tenants that we arrived on were experiential learning so we have such a unique opportunity with the kab being housed at the high school and we have unique access to the high school facilities that students wouldn't otherwise have access to in kindergarten or elementary school so really making sure that that is a core foundational belief for us is making sure we can optimize the use of the high school facility as we think through the design of our experiential learning experiences for our students the second core tenant is student mentorship and we mean that in the sense of both our kindergarten Learners as well as our high schoolers we had a really great conversation this morning at our
planning meeting about there's going to be opportunities for our high school students to be leaders and mentors and there's also going to be a lot of opportunities for our kindergarten kindergarteners to be leaders and mentors as well so we want to we want to make sure that that is front and center in all of our work and our third core tenant is personalized learning profiles this is the first program that we're really building from the ground up with the support of our Bearington 220 learner profile so what we'll be doing with this core tenant is taking those six personal success U skills and working with the individual students as well as the teachers to design personalized learning profiles for each of our kab students so they can really hone in on their passion areas their
areas of interests and we can design a learning experience that is meeting the needs of each individual learner I think to connected to that personalized learning profile we talked a lot about involving our families more because families may have different goals for our students and making sure that connection is super strong um so one of the examples and I wish we had more time because I have so many examples to share uh but one example that was developed just this morning when we had high school department chairs talking to kindergarten teachers and our instructional coaches um we had two of them come together um in science and one of our kindergarten units in science is um looking at forces and motion as pushes and plls so students start to see and understand really what a
force is and what motion is and how that changes um as you change the different variables and so our high school department chair said well we do that too and then the kindergarten teacher coach would say said well yeah well we change the ramp you know slope and then we decide where we see where the car or The Marble Runs down and the distance it travels and the high school teacher said well we do that too but we also look at velocity and gravity and she went on and on and and so then the kindergarten um teacher was excited and said well we also graph the results looking at you know the motion graphs and and we do it we have students put a sticker down when we change the ramp and see how far
the car goes and then they put another sticker down and that's how we build a graph with kindergarten and the high school department chair says that's awesome we do that too except we use technology all of this the physics techn technology and like I said they look at velocity and and gravity and just the interaction was phenomenal and um so another thing that we do in kindergarten is we have the students record with their iPads what happens when they send the car down the slope and the different Heights or I'm sorry down the ramp and the different heights of the slope the high school department teacher said that's wonderful send those to us we can analyze that using our software and then ask the students for their questions so really amazing ideas for integration and
again collaboration where the high school students can come down and work with the kids the kindergarteners um and really build that that leadership but also the learner of each of those students our high schoolers along with our kindergarteners and our last update for you tonight as it relates to the kab is with facilities and transportation so later on in your action items tonight you are going to be considering contracts to approve so that we can begin the design work and the construction for the kab classrooms and one update that we did want to um share with you tonight is when we gave you your last update on Transportation as it relates to the kab we had originally been planning to utilize the high school schedule and have our kab students ride the buses with high
school students upon further planning and further reflection one idea that we are considering that we believe has strong Merit is having a buddy Elementary School which we would make the recommendation that that would be Roslin Road elementary school because of its close proximity to the high school and because Roslin is also a dual Language School our students in the KB could either ride the buses with uh the Roslin buses or the Dual language buses arrive at rosin in the morning and then take a shuttle to the high school and then for for the most part mirr the elementary Day schedule we would of course have to make a few minor modifications to um be sure to accommodate the transportation routes but we do believe that this is an idea that has strong Merit that we
are and then that way two our families can take advantage of before and after school keep program at raslin so they can drop the students off early at Rasin and then the kids could board the shuttle over to kab and then vice versa on the way home in the evening also it really helps take care of a lot of those logistical things that we were stepping through with our operations team and to Dr winkleman's Point earlier he mentioned the PTO president Council we have reached out to them and are planning to meet with them shortly after winter break to continue that collaboration to make sure that we're enhancing those connections between the high school and the home schools now we'd be happy to to answer any questions that you have for us and thank you
again for your continued support excellent thank you any coms or questions so Kindergarten Roundup will still be not till February so we really won't know how many kids we paneling yes correct and I did want to mention that we are having a specific Kindergarten Roundup for the kab on February 5th so we'll have the general Kindergarten Roundup we have another Roundup for our language programs and then round up for the kab but how will parents know I mean just if they're interested they'll come they're not NE committed Samantha on all of our advertisements great and I have to say on behalf of parents one of the hesitations I got about the kab was riding on the high school school bus so I think that will relieve some anxiety on some of the parents I mean
I I I know it would have worked fine but I think that was the perception was some anxiety so I think this would you know lessen some of that which is great so how um I I I know you're having cor curriculum conversations at the elementary level and then the Kaleb level I'm assuming the core instructions the same between both programs yes um but what about parents who are saying okay so this is awesome this personalized learning is great then what happens when my child trans transitions back into their home school um because that's in theory not going to be as they're not going to be as that that doesn't happen as much in the elementary school as it probably would be happening in this Caleb situation so I would say the personalization as far
as our core like literacy and math will mimic a lot of what we're doing in F day kindergarten as well as in the kab because we're talking about small group instruction we're talking about setting goals with the students and the families we're talking about some individualization conferring with students um so that carries through all the way through um our elementary team I think the the the question or the the aspect that we're investigating with kab is really that personalized learner profile piece and we're hoping that that can grow up with the students yeah yeah and to add on to that it's so important to keep in mind and I'll use our new visual to bring our attention back to it is that we have some really important work happening within our six strategic priority areas
specifically for purpose of this question personalized learning and future Readiness so one example is that continued work with the learner profile so we have the six personal success skills established but now we're working with our learner profile team to develop learning progressions and rubrics for how these skills are scaffolded Early Childhood through our transition program and what are learning experiences that can be attached to the personal success skills as well another one of our strategic priority objectives is learner agency and Pathways so this work yes is happening in kab but it's also going to be working side by side with the folks on the Strategic objective teams to Think Through what does this look like on a larger scale and we're hoping um like we had mentioned before kab being a lab program where teachers
from around the district could come and observe and talk with those teachers it's not just for kindergarten teachers it's for teachers across Elementary and possibly even Middle School um where they can come and learn and see how things are working and and the development of those personalized learner skills this is really exciting thank you so much for your work on this um I have a few questions um I love to that our High School teaching teams are collaborating with our kindergarten teaching teams I love that doing the same thing just a little bit different structurally um and with tools so just a couple of questions um the three times a week um science Health social studies is is that 30 minutes been expanded at all or is that what we have usually done that's what
we currently do but we'll often bring that into literacy so um we have different units that correlate with science social social studies and health also um we are moving Health a lot of Health components into PE as well and then during enrichment time there's a natural connection with science and social studies there too so there's overlap there yeah it seems like the building blocks are really literacy and math and being to expand that time um too so and just to clarify doesn't seem like the Dual language and uh Chinese immersion schedules would mesh up to a kab schedule right so for families who are interested in those programs they probably would not be eligible for CB and am I deducing that correctly well I think it's really important that we think through all of the
offerings that we do have available for our families and so making sure we work with our Communications Department so we understand what is kab offering as a core instructional program what is dual language offering as a core instructional program and then what is ch ches emersion offering as a core instructional program so that they can make an informed decision as it relates to full day kindergarten separate from the KB our director of language programs grants and family engagement is working side by side with Dr Gil as they think through the schedule and the work with the curriculum and what the full day kindergart program will look like so that we can make changes where necessary and it's also important to keep in mind that the schedule is a sample schedule so this won't necessarily be
the end product it's a sample of what what could happen but that work isn't happening in silos and we are keeping our dual language staff and our Chinese immersion staff fully AB breast of what's happening and including them in the decisions as well but those language program options those will stay at the current schools right so okay although I will say our world language Department here at the high school had a lot of ideas of our kindergarten lab students to different languages so yeah this is great thank you for this is coming from a mom who which would be me who tried to see if I could when we were half day um enroll our son in Spanish Immersion and Chinese imersion and was told oh actually it doesn't quite match up so um just
wanted to make that clear for for our families um and the last thing is just um the parents will have the option right and that CH if we do go ahead with that Transportation option to rousin road and it would probably be a kindergarten only shuttle to the high school right and it will will it be up to them then in terms of how they choose whether they do bus buddy with high school students or do the rosin Road option so it'll either be if we go the Rasin raslin Road Route it's hard to say they would either then take the shuttle or families can choose to transport on their own oh okay so we wouldn't have an option where our kindergarteners would be riding with high school students it would CU those are two
correct okay gotta okay got we'd have to modify and go back to the Elementary schedule and modify that a little bit as opposed to using the high school schedule and modifying that so the klab transportation for buses would only be to Rasin Road and then the shuttle okay one of the buses that is arriving at Rasin would be selected that if you happen to ride that bus in you just stay on it there would be some kids coming out potentially from there' be kids changing other buses onto it but it would be a kindergarten only route then leaving raslin and continuing on to the high school got it great thank you because now in theory with this new schedule the kindergart these kindergarteners are there before high school they come to yeah any other questions
or comments thank you for thank you this is very exciting very exciting um I just want to make one one of the can clarify that because I was a littleit worried that this was the concern but as we hold our kindergarten um Roundup sessions there will be special sessions on all of our special programs at different times so parents can come to all of them to learn about all of them so they can make the mo make the most informed decision um for their yes big kickoff is February 1st and then there's individual meetings after that so no one has to pick and choose about where you want to be if you're interested in another program right excellent yes thank many more other examples of how kab will be different from our gened full day
you know in keeping with that physics theme we got some momentum here for additional collaborations across other grade levels as well it's a great example of you know one of our things you know unified for 50 really harnessing the ability of being a unit district and just that short snippet really I think helps illustrate the potential and where we where we're going to head phenomenal excellent thank you thanks again thank you all right so um uh thank you again board for your flexibility I think we have our station campus representative so I'm going to turn it over to you Dr wle perfect so Andrew stole from station campus is our representative that's going to provide an update on his experiences at station this year first question Andrew um oh don't ask we got to get
your miced [Laughter] up I know you were coming from a basketball game yeah oh good game we lost I didn't say win or loss was it a good game yeah okay all right well we are so glad you made it and we we were prepared to just when you got here then be able to have you participate so with that I'll turn it over to you um one highlight for me um at station was learning German um it's because my family was from Germany and it was really fun to like learn it because you got to go on field trips that was fun um what I'm looking forward to for the next several years or not years months I'm looking forward to play volleyball um they had so many options and volleyball is something that
I really like to do what makes some station is special place to learn is that the teachers give you so many opportunities to succeed and the skill that I would choose is communicates effectively um I choose this because I talk to people talk to people and help them through through things and yeah that's great thank you for sharing the updates with us excellent any questions for Andrew what grade did you say which grade are you in I'm an e you're an eth okay so is that are you looking forward to volleyball and what are you looking forward to in high school um new experiences seeing new things excellent any other questions Andrew thank you for your patience and and listen to the end of that presentation thanks for coming out yeah and thank you for
coming out tonight is there anyone here that you may want to recognize um I have my family and then Mr all right all right anything you can share about us with about Mr May that you know maybe we don't know his first year you know how's it going amazing a there you go well how about we do a quick photograph yep you is that okay yep so Andrew we do have we have a certificate and a baring 220 backpack with goodies for you as well so thank you for joining us tonight sharing a little bit about your experience station oh what position do you play in basketball I forgot to ask um shooting guard point guard okay cool who you guys lose to oh no other side way last year it went the other way
that's come on out [Music] here in the middle you can hold your little ready one two three thank you than and Mom and Dad you want one thank you very much for the opportunity for us I appreciate thank [Applause] you another great example of empowering Excellence [Music] uhuh um in every learner um all right so now give me a moment to make sure I think the next is up is our next discussion item correct so I'll turn it back over to you again all right and I'm going to ask the team to kind of come up to the tables hopefully our technology will work work and we'll get settled in this is a team it is a team the Dream Team the Dream Team let's go back to our basketball reference go all right as
Dr Carpenter is getting set up um just you know kind of to orient the board to it's been a few weeks right so um before Thanksgiving break uh we had a a really um involved discussion at the board table with lots of questions and lots of things for administration to follow up on and um the presentation tonight um will address all of the different questions that were posed um there was also quite a bit of license and ability for the administration to just really think through um some different possibilities with the different options that we've been reviewing And discussing at the table um and in addition really thinking through you know are there ways that we may be able to still meet those high priority items that were identified um by our teachers and staff
and Community as we did the six-month study without you know really tinkering and losing any of those opportunities but think through are there any opportunities for us to also maybe look at reducing the cost or right sizing this project um summarizing some of the comments that were at at the board table so our team has worked really hard we've had a number of meetings um every week uh since that time um with not only our administrators but lots of calls with da our Architects bringing this information back to our teachers and staff for additional input and feedback on some of the ideas and Concepts um that we were considering and so tonight after a lot of iterations of things that we might be able to do with this we have some recommendations that the team
is going to share awesome may I say two logistical things you bet Bo you have a packet a hard copy pack in in front of you and if you had the presentation pulled up I think there's been an update to the presentations so if you like me had it pulled up from earlier today please refresh and pull up the latest version awesome turn over to Dr Carpenter who's gonna kick us off thank you Dr Winkleman and to the board thank you for allowing us to to share the updates this evening and I will reiterate what Dr linkman said we have gone through several iterations and really all hands on deck uh to get us to where we are tonight so very excited to share um principal MC Williams has joined us uh richet Tyson has
joined us and I also have Sarah logger and Nicole SATA who are here and they have done wonderful work and uh very impressed by uh their turnaround on on a lot of on a lot of these pieces so uh just thank you to them also before we get started our mission statement uh this has already been discussed this evening but really is our our North Star when we're making decisions um and U you know everything comes back to the work we do for our Learning Community um and this really guides us in our work and any of the work we do but certainly as we discussed this evening um it is definitely Paramount our thoughts so as Dr Winkleman also shared and unveiled our our priorities this evening this is also Paramount in our thoughts
when we when we consider the decisions that we make and and how we're structuring our work um and while this objective falls under the stewardship priority um all the priorities sort of are intermingled in this work and I think that's very critical I shared with you a couple months ago I guess now we get when I gave an update on the framework that this has been really a great outcome of of the framework is that how everything is really interconnected so this gives us another opportunity to really think through all the priorities and how they fit together with a project of this scale um not only now but also in the future just a quick up uh a quick overview of the agenda for this evening uh we will discuss option A which is the
auditorium addition in the Performing Arts renovations um and Mr MC Williams and Miss ton will will take us through that part uh we'll also talk about the renovations of the artwing and again Mr MC Williams and Miss ton will take us through that part and then missa um and Miss logger also will take us through some of those District projects that that we're considering and that's really under that option that option C consideration uh for us moving forward so I'm going to transition uh to Mr Mick Williams and miss teston that will take us through the first discussion topic which is the option a um the auditorium addition and Performing Arts renovation thank you thank you so I won't read the slide to you but this is kind of an overview of um some of
the things that we considered going to re-emphasize something that Dr Winkleman had said um we have met with all of the fine and Performing Arts staff we did that in a formal meeting but uh the three of us on this side of the table have also had multiple conversations with members of the of the um Visual Arts and Performing Arts team actually out in the spaces too so that we could walk through and and point out um many of the deficiencies and things that they're interested and so it's been quite a bit of work reviewing um our plans and And discussing um where we have some opportunities to potentially um make some savings and um um adjust the plan so uh um in option a um this focuses on two areas it is the addition
of a new Auditorium and then there are some renovations to um our current Auditorium in that space so we'll walk through those and they really um are kind of um pieced together like a puzzle so one part fits with the other piece and and they're both really necessary to be able to complete the project so as we're looking at the auditorium itself a couple of suggestions that um were brought in terms of um opportunities to to rethink about this um the project um first off was to remove the balcony so as it says up there um by removing the balcony um the size of the auditorium drops down to about 690 seats that is kind of an estimate they did some drawing on it so it's pretty comparable to what we have now in our
current Auditorium um another U the savings on that savings realized that from that is about $1.25 million another piece that um um is a recommendation or a consideration is adjusting the size of the fly space for those of you that are unfamiliar with theaters um Fly space is actually um there's a couple of different layers to it we have a current fly space the fly space is just big enough for us to be able to handle our Lighting systems and our curtain systems a lot of auditoriums and theaters have a more extensive fly space that actually allows you to lift um components from the stage up like um we our band shells could be stored up there or um parts of our um theatrical presentations the um adornments from the from the show itself so
it actually is good to um be able to move those set pieces up and down rather than having to move them on and off for for theater people you would understand the difference of that in our current setting we don't have the ability to lift um any of our components up it's really just a lighting fly space in an area to do some some flying and some other things like that of of characters so that would be about $500,000 savings so um along with the auditorium um a couple of things that um we needed to consider um one of is just trying to make a really functional space and we've talked about having um an area for um the development of um all of the components that go out on stage so um in the
CL in the pan in the current plan that is the um band room so as we look at um the band room being converted into kind of a stagecraft technical area um we also need to relocate that so a piece of that was um considering converting the um current Auditorium over into a Performing Art Space so um a couple of other pieces that I think are really important to talk about with that is um our our current um um band spaces choir and Orchestra spaces are a little bit small so um one of the things that we really think about is auditory health of students and the standards have changed quite a bit in that area so when we're running a a a band that's as large as ours there really should be some more
space in there just to control some of the um some of the auditory issues that go along with it you have um 50 pieces playing at the same time it can get quite loud same thing for um the um choir programs and orchestras as well so um converting that space is approximately $10 million if if we go to the next slide we can kind of walk through this visually and and Mr before you do that just want to orient orientate the board to this uh red green at the top there's a legend and so this is this is uh the newest iteration of what uh Mr Williams had shared um and that at the top right hand corner the gray area of the rendering is existing space the light uh shading is light renovation the
darker blue is the heavy renovation and of course the dark the dark blue is an addition so that is and you'll see that in subsequent in the subsequent renderings for option b that we removed the sort of the cross-hatching that you've seen before in terms of in terms of how the renderings came forward to you and went with more of a a shading of the areas to help you understand U really what we're what we're suggesting and recommending and one thing just to note is that the um what Steve was just talking about with the existing music rooms moving to the auditorium that was in the last version of the plan as well well but we were kind of asked to look at that and if that hesitated being sorry say that again please it
and so the band room um converting to the scene shop the theatrical scene shop that was in last the the last Clan you looked at as well um the reason we addressed that in the the last slide was because we looked at it the current renovation in this plan not get ahead but it's taking the existing Auditorium and converting it to the music rooms um and so we're just kind of working through the rationale why we still felt that was important after looking at all so maybe in other words you you still feel that's a very high priority correct correct i y I just want to make sure yep yep for sure so the board directly asked would you yep renovate the existing Auditorium to performing arts or would you choose something else right say
it another way is you looked at that and we did we we did consider not doing it but the implications for the size of those spaces as well as the scene sha connection to a addition we felt was important and it gives you extra you know more flexible space that we didn't we don't have today I can see here so let's walk through this just so we've got a visual piece that goes along with it so obviously we've got the new Auditorium Edition which is in the in the darker blue color so what Bridget was talking about was the um modification of the current band room which is in light blue so that really is connected to the auditorium if that renovation doesn't happen the scene shop really has to stay in the existing wood
shop so one of the conversations we have is is how does that how does that work where we're trying to move scen scene pieces um down a a pretty narrow Corridor to try to get to the auditorium it almost is like you know it's a it's a piece of the auditorium that that is necessary to make it function appropriately so um we don't anticipate a significant amount of res Renovations there maybe some electrical so that we can manage the equipment but it already is a large space that um won't won't take a lot of um conversion but it is really necessary to have that scene shop right next to the auditorium now if you do that it displaces band so if we displace band that's where we get into the auditorium renovation which is that
next um color that shade of of blue that's kind of in between so you've got the larger band room that's up to the top there and um you do have a large band and they could definitely use the space not only for the functionality of the classroom but also as we were talking about for the auditory pieces to just you know to be able to absorb the sound and and be able to function a little bit more appropriate with that I think the other piece that we need to emphasize with this is what are the current practice rooms so that's the U media blue space that's um just off of the auditorium there that's necessary for us to have an access on the the main floor to the auditorium so if we go to the
the the next slide uh this this is actually the basement below the auditorium we'll talk about some of the details but if you remember that's the true connection to the current Atrium so uh one of the reasons we selected this footprint is to be able to access the Atri but more importantly to access easy access to the auditorium through all of the um the flat work that's been up done in the begin up in in front of the building the ramps and such um so that it is easier for uh people that are are maybe having some mobility issues to be able to get into the space but it also gives us an opportunity to isolate that space from um the main part of the school building so that we can run um school day
events and so on and so forth we also talked about maybe looking at the scale of some of the items that are below the auditorium and really our um concerns about that again um came to the functionality um we're woefully short on dressing room space we need more practice space so we really felt as a team and as a as a school that those components down below um were still critical in terms of making the auditorium and and really making the Performing Arts function to the level that we wanted to if we go to the next Slide the next slide represents um where the balcony would have been but it's also now some of our lighting space and so on and so forth so you'll notice that the seating is taken out of that any
questions about those addons so from the tours we saw different upstairs is I don't remember if we saw anything that had like seats in a balcony we saw like where there was a ramp and we there was like accessibility to get upstairs there was storage in the back this is different than the ones we we saw I think from the stores this is this is different right okay I was trying to visualize it in my head and and I can't so it's a drawing okay so moving on to plan B no I have question I've got a question option b i sorry I miss spoke anyway rewind yeah I think it may be helpful just do one at a time and and then come back and then go no no keep going keep going on
a before we transition I think so too so I wanted to ask about the balcony like is it possible may maybe it'll be a little bit less of a savings but to have it be steel ready for balcony ready should we decide to add those seats later we when we did a lot of the designs um for the high school right now A lot of it was thoughts of what could be added later and we can work with the Architects to incorporate that into the plan so that we set ourselves up if you ever wanted to add a balcony now remember these are conceptual so in order to do that that may necessitate if we want to stay within dollars that something else then needs to be adjusted and so forth but the Architects I
okay they can adjust to those types of questions when we get to the actual designs of the auditorium okay and and then kind of along that those same lines if if we have this um I'm I'm concerned about not having the full fly space is that something is there a date in which we would have to make that decision and maybe we could turn to um our friends in the community to enhance that piece or something like that um if we if we think that the full fly space is beneficial it's something we haven't add I I'm hearing you know musical directors in my head you know about what a great opportunity that would be if we were able to have a full F full fly space yeah why don't I pose both those questions
to Da and then have them provide a more technical response as to how how that could be incorporated to follow up on the Fly space Also you we're talking about Savings in construction but having the fly space wouldn't we have Savings in Personnel costs if we could put things up high and just lower them down of having Ling people to move in and out and I mean you know there there's a convenience to having the full fly space that if we have this Auditorium for 50 more years you can think of things that you know would compound so I I thr out the question maybe it's worth spending the extra money and having the fly space to be able to be flexible for the next generation of um you know Auditorium managers and such I
think the the fly space an advantage to it if we were to go with that option is that you can for all the groups that use our space Elementary Middle High School all the Performing Art scripts at the high school the rentals that you can have multi-use of the space at the same time do you know what I mean like there's a rental in where it's the their sets up in the fly while we do a dance rehearsal after school there's an ease to the transition that we don't have currently and we would have with a full fly okay so I just don't want to cut out the fly space maybe be shortsighted um and then something I brought up I don't know did we get an answer about the Acoustics I'm concerned about that
also having a big empty space the auditorium I or the balcony I thought you know might help with some of the Acoustics when they're thinking about um a big space for for band Orchestra choir um I just I worry about that also so Y and so a a general comment before I respond to the Acoustics question remember that the questions discussed last time was we want to know what the administration would recommend and then there was an add-on to that and include the staff so what you have before you tonight we can adjust we can make abely no just there's no hard and fast on any of it this is just and what we're not saying is and maybe a little bit more detail is when we really looked at those priorities that were identified
and that still remain in place we were trying to make sure that we came up with suggestions that weren't compromising those major priority VAR if fly space wants to come back in we can put it back in it was simply uh we had lots of conversations about every detail of these plans and there were I'll give you a real tangible example if you really press dressing rooms versus fly space that's why fly space is on that that's something that could be recommended because dressing rooms you don't see tonight because that was non-negotiable for us and the staff that it's such a high priority we didn't Tinker with that so remember all of this is open and subject to we can keep having conversations about it but you're only hearing some suggestions that we felt didn't
compromise the real high priorities that were identified so then going to Acoustics I'm going to send you a a multi-paragraph response from d on Acoustics but here's my takeaway um without a balcony and the the dark blue Auditorium you see is a slightly reduced square footage Auditorium that's it's the combination of those two we remove the balcony we We Shrunk the auditorium just enough to try to keep it around the same size as what we have today they can design an auditorium with or without a balcony they'll make sure the shape of it The Sound Works and so forth once we land on the type of Auditorium because there's design advantages and disadvantages whether you choose a balcony or not they have to actually engineer it differently so that the sound quality up above isn't
compromised because of the balcony and he's got a lot of technical information but the simple answer is whenever we decide on the right size shape and balcony or no balcony the whole thing will be designed around that Concept in those future conversations where you're really getting into the details of the design itself but it'll be appropriate so there's no loss of functionality with or without they're going to make sure that we have the best experience with whatever combination we come up with does that help M yeah so in the summation for this revised option A our total cost savings it looks like what would be 1.75 million and in exchange we would lose the full fly space and roughly 250 seats right we wouldn't we would not be able for sure to fit an entire
class we need about 900 seats for that that right there's a recap of this at the end in terms of what the exact breakdowns are um um no we wouldn't be able to fit a full class in there at this point we'd be close um but with um supervision and such it would be probably too what's the minimal amount of seating you think we would need to fit so I would say 800 is a really nice salid number for us and that number comes from what um we've experienced in terms of enrollments in recent years so we're a little bit we're a little bit smaller than we've been in the past but we've never gotten over 800 for a class we've got to about 765 780 um but we we've never gotten over 800 but
you know I would anticipate at some point that will probably be an issue again for us where we'll be a little bit bigger okay thank you okay ready for option b okay so we will transition to option b which is uh focuses on the renovations to the uh so if you remember um from plans in the past we actually looked at converting a courtyard and doing some work on the U be the north side of the um Visual Arts R so there was some additions and then there were some conversions of some classrooms we've um scaled the footprint back quite a bit and just focused on the areas that already exist and doing significant Renovations in those areas that really um match what our instructure goals are but also address some of the um current
standards for safety in the area and for functionality in the area so these classrooms are about 25 years old and many of the standards that were put in place they they're um they've been updated you know kind of like a a playground in the past right so um as we we go through and look at spaces there's some upgrades um certainly some ventilation and other things so more more significant um Renovations that go along with it but just within our current um footprint um we're also uh emphasizing that as we move the Performing Arts classrooms to the current Auditorium that the the classrooms that would be opened up would be really well utilized um steam spaces um larger classroom spaces would allow us to um schedule classes within that area um if we're a little
bit tighter in terms of enrollment but it also gives us some flexibility after school and during the school day so one of the downsides of our current Studio classrooms is they are they are small and so we we fit a lot in there and and they function to the best of their ability if that's possible but it's very hard to do critiques in those classes so um one of the things that's really important is is taking your artwork and showing it off so would be an example of what we could use these additional spaces for um we do a lot of professional development in the in the building and um throughout from throughout the district those are spaces that would be great for that as well so just a little bit bigger than a standard
classroom and really function in in a way that um would enhance many of our um instructional areas um not only throughout the day but after school and and for community events as well so go ahead did you have anything add for for for no I'm just that we had some ongoing conversations with the educational foundations who have expressed an interest and perhaps offsetting some of the costs with these Services yeah so okay [Music] great so to orient orientate you to option b so everything that Mr MC Williams said is reflected in this rendering and uh so the shading shading uh the darker shading of green represents option b but uh sort of heavier re Renovations the lighter green is lighter Renovations in option b and then the blue uh shading um is the carryover from
Ash okay so to build off of what Bridget had mentioned there so um just this past week U members of the Educational Foundation toured the I'm going to call it lime green areas um to kind of see what they might be interested in taking on as a project so we went through each of the spaces to see you know how how they could help support um in each of those spaces as we've mentioned before there are lighter Renovations there's a there's a need for updated Furniture that's U much more flexible but also purpose built for the spaces um it currently is not um we need to really address some of the storage needs that are in there we've done quite a bit with makeshift Storage Solutions and um it's just not the the rooms just
aren't functioning as well and I think we've mentioned I mentioned this at a a past board meeting that we would be really remiss if we didn't do something with these spaces they're they're using equipment not equipment but furniture that has been kind of hand me down Generation generation so we're on a 20e cycle of of school Renovations at the high school I think we're probably at least two generations back so this is probably 40 years old it might be as old as 60 years old in terms of some of the furniture that's actually in that space so um Katie you'll you'll recognize some of the tables that they're using in there as tables that used to be in the old cafeteria so just a few years ago so I remember the two of us used
to like those were the tables we ate off of when we were in high school around the same time they're still beautiful they're they're nice but just to give you not anymore just the generations they're they've been around for a long time so um again the foundation will help out with that but I think there's some things that are maybe beyond their scope just in terms of updating some of the systems that go into those spaces to make sure that they're functioning and that they're up to um the safety um parameters and the code parameters that are now currently in place and a lot of our conversations with each other and with the foundation is the trick with an art room is that you have a lot of materials a lot of consumable materials paint
clay all that good stuff and then you also have an incredible amount of storage in the room that's needed for in progress art projects and so just we feel like we could more effectively utilize the the space in the room if we have storage equipment Etc that's designed for an art room and not the down so this is um Bridget's kind of got some more experience in this area but one of the things that I had an opportunity to do was do a little bit of touring of the Harper artwing with one of our art teachers a few week few weeks ago just before Thanksgiving and to see um what they do in terms of storage and just the the the play settings and the workstations it really is um simple but it makes a
significant difference in the way that everything works if you just have purpose-built thoughtful materials in the classroom so that's what we're proposing there um and then of course we get to the um heavier Renovations or the darker Shades and I think we want to focus on mainly on that that block that's up on the top there so you may have heard some of our conversations about um changing spaces and we've talked about the changing space that's downstairs but the the reality is is during presentations and during theatrical um presentations or dance presentations uh the the performers don't have the opportunity to actually go behind stage or go downstairs right they're like quick changes um so it might be you know 30 seconds real time or 15 seconds real time so they really need to have
a space that's close to the actual Auditorium to be able to go in um do the quick change and then um get into the auditorium currently we use um some classrooms that are around that area or we close off a hallway for that area you know but big picture-wise that's really not the best practice for it so we really do think that um having that changing room updated and um expanded is um a real important piece for us as well um beyond what happens in the Auditorium it also supports um our day-to-day operations for our dance students our dance students actually use the dance studio upstairs um off of the Performing Arts swing and they use those locker rooms and um we could we could definitely use some more space in there for those um
those programs during the school day as well and we also do so many performances during the day like for the elementary schools for the middle schools and when that happens like when we're doing very to musical performance for the middle school students the dance students won't be able to change to dance that day because the dressing rooms are getting used by the other Performing Arts group so I think that this adds more flexibility where if we have a performance school day performance going on in the wing it doesn't shut down the instructional um practices of some of the other classes and then the two block below the steam Labs that are called out there those are really those um multi-purpose classrooms that we're looking at that gives um some functional space I mentioned what would
be possible with some of our studio Arts but even our Performing Arts to have a space for them to go into during the day to um to break down film that's the that's the coach's approach to it but the um performers approach is to look at a performance and actually go through and you know give feedback so so students student performers get an opportunity to really look at what they're doing um and and I do see a ton of crossover for those spaces um a little bit of the larger classroom a little bit more space for uh a multitude of things that we can do during the school day and outside of the school day could you just expand upon what steam is for those listening so steam is science technology um um engineering art
and Ma math math that's tricky that was a quiz no just kidding no I really wanted to make sure that everybody in the community could understand what steam is because it's really a cross and bringing the Arts and the technology together right and we do that like we bring the physics classes into our Orchestra room where they study the physics and sound and we're combining a big Orchestra class with a big physics class and kids are on the floor you know sitting and listening in some these rooms would maybe provide the opportunity for those cross-curricular connections um you know or just to combine you know a few Civics classes or you know the different AP Bio sections to to for a guest speaker in a smaller space if the auditorium is being used so I
think these larger collaborative or Hands-On workspaces there's a real need for them in the building I feel that people you know teachers are often asking you know for the black box for the auditorium um and so I think that these spaces would be appropriate for really every department when they're trying to combine or do some larger group activities and I'm assuming the darker green is because we've got plumbing and because we've got higher technology needs and those those spaces bathrooms the dressing room and bathrooms would be a huge piece kind of in that middle spot where tell me if I'm thinking about this right the other spaces I I kind of as you were describing I'm thinking about what we did with the weight room and we really transformed what you were able to do
in um that Western end of the building right and what with classrooms and and so I think it's all relative I mean we're trying to put things into you know easy to rep represent or recognize categories so I think there's probably a little bit in between the lime green the steam rooms and what we're doing in the but you know it just giv kind of gives you an idea of what what the thought is or what we need to be accomplished there is there any update any update with this rendering I I don't not I think this is just a continuation to um Bridget's point from a few minutes ago about how important we think those spaces below our Dr winkl mentioned you know fly space or dressing rooms below and that was you know
we really thought that the the work below was really important and that connection to the atrium and the connection to the front it's why we chose this footprint so I think those are important pieces for us and then you know certainly this upper area in terms of um Universal Design so everything carries over from option A and we can see how we're building in option b some of those reductions so um at this time are there are there questions around option b uh from the board or can we move move forward to some of the cost estimates I had a couple questions sure um I really like the takeaway of the auditory health for our students I think that's something that I learned today and I think it's important to share with the community because
that's we care about that um and it's a and it's an equation that's part of this um anyway that's not my question though I just thought that was a good that's a good thing um I was looking at you know the picture from two meetings ago and then this meeting and you know I saw some things that were behind there was that Atrium space that we talked about last time and we've talked about not putting not making a building in there from two meetings ago but there were also classrooms on the other side of it there's like photography then there was the at then there were classes on the other side um that we're going to turn into Fine Arts spaces and I'm wondering if that's still a possibility as far as putting more Fine
Arts things in the same area where they belong together as a family um and how and if that is really expensive to move some of those things so that they would all be together where they are like in the same groupings um we did look at that we did look at that very closely worked with Nicole on that and it's more expensive than you might imagine so um we actually looked at a space that's kind of um tangental it's right off the wing there where there's a plumbing wall already existing so the idea was to try to bring Digital Arts from the basement up and bring it into that space and um so it was um was pretty expensive other thought I had that you probably have talked about but in other departments in the
building the director is near the classrooms like and in our director's kind of off by way far away and I wondered if that would make sense to put our director by the Fine Arts if that could be possible in all these little spaces and big spaces so I'm I'm gonna I'm that that is a choice that Bridget could make tomorrow if she wanted to so there is an office there is a space it was designed for it um the the reason she's not there or Bridget's position is not there is because then you don't have anybody to supervise the art gallery so by having somebody in that art gallery you don't have to turn the lights off and close the door because Bridget's in there her assistant's in there so um way back when that
was um a a a very purposeful decision so that that students can access that space um not that the fine and Performing Arts office is anything to write home about but there are Provisions for that to happen I don't I don't know that that's what we'd want to do I think it's a really good setup the way we've got it now yeah and I'm pretty flexible like there's art office down there soon as I go down there and work teachers see a lot of me well I mean the I think there's you know expectation of more uh Gallery space available in this whole plan like in a lot of different places is what we've talked about over the different meetings and different weeks and different times like the atrium or the lobby the something so
okay good question Miss Bradford is it can we move forward I think so yeah okay so miss logger is going to take us through the cost estimates and I did update to 7 1.75 to include the $500,000 fly space but it um since we're presenting it it didn't reflect in there so I can share that with you I promise I didn't leave it out on purpose it was completely by accident so what you're seeing here is an effort to stay consistent with what we've been presenting to you in the past so what you've seen in the past is option a option b the West Edition the courtyard Edition and then the overall expense so we have here is our old which which includes all of those things and then we have our new so our
new is inclusive of the 1.25 million reduction of the balcony and the square footage on the auditorium in B the about 1.2 million reductions in renovations and then we have made the recommend a to eliminate the West Edition and the courtyard Edition at this time so here is our new A+ B estimate which is 49 million to 51 I guess personally I'd almost like to see a B+ I I'm not trying to we all know I don't like spending all the money but to me the 1.75 doesn't seem like a significant enough reduction not to consider it as an option so can I rephrase it so you'd like to see the balcony back in and the Fly spaceace either that either that or have that be option C I agree I'm not comfortable actually reducing
the number of seats in the auditorium compared with what we have now like I don't I don't know that that's worth 1.25 million I don't and then same with the fly space with a half we have I mean I I tend to agree do we have others that at least three of us agree do more of us agree that that's where we want to say so what we could do is leave it as it was and then you know show that as a possibility you know um should we end up having to go there yes and keep option A as it as it was before so go back to the original option A and just have new Option a sort of in our back pocket if that's what we want but reflect option A as
it originally was yes yes because that gives us how many total seats with the original option A I think it was 96 no nine nine something9 969 I'm sorry I didn't hear you so don't don't quote remember don't quote exact numbers right because they didn't actually but it was around nine over 900 more than 900 over over 900 all know how those precise numbers come back to get us wait you said so it's just those were just estimates but that's about what it was but it will for sure hold an entire class with that option that's that's important comfortably that's I think that's important okay Leah is the fly Stace something that we could say like wow that's a community enhancement kind of like things happen with the stadium possibly maybe yeah that's what I
was asking earlier you're going to go back and ask he's going to go back and ask those questions but I think we could leave it as an option right um i' also I agree with you s I don't I'm not trying to poooo the amount of money I just don't think it's a significant amount a reduction to take it out at this point right I mean if you had said 10 million that might be different right but in truth the administrators felt the same way that was that was of reading your minds of continuing to balance don't lose the priorities but what can you do that's about as good I'm not trying to say that it wasn't you didn't put eff and there is a lot it's not really worth that it's not a lot
of money so I agree and I want to just recognize that there is a significant reduction with with a lot of the option b is right so um that's more meaningful right and and uh let's keep it in there and leave it as keep that notation as an option and if if we have um we need to another if we find the friends of something to help us then we can always make those adjustments right absolutely um so our option A will be the original right yep thank you option A is the original we've already done the study so we know what it would look like if we decide to do either one of those two things right remove the balcony and reduce the square footage or if we determine that it you know is
an area that we also want to look at fly space and make some adjustments there I have in my notes and I will follow up and and provide the board with more information of what would that entail to build that in as well so that we know if it's feasible if you want to add it back in if we get to that point is it what's it going to cost how do how would they design it and so for makes sense yeah I'm those footnotes yeah yeah yeah I'm also wondering with the smaller footprint that you have now how does that change the outside if at all I mean remember there's some talk of maybe the the road was going to have to turn or the or the sidewalk does the smaller footprint obviate the
need to work about the engineering part of it or it well when it gets a little smaller it it does eliminate some of the crossover it's really faint on the drawing and again these are conceptual drawings that's I'm asking but there there is there is a clear drive lane now that would sit outside of it so a little smaller would actually help the drive lane situation potentially in a conceptual sense see that yeah okay all right you ready to go to C yeah let's do it let's not forget about c c there C if you remember are some of those District projects that we wanted to consider and Mr Tera is going to take us through uh some of those costs associated are with some of the district projects that have come forward and prior
and uh in terms of priorities for the district so we've talked about these projects before and the board asked us as a district to kind of re-evaluate some of these projects look them a little differently maybe um modify the scope of them to reduce it a bit so uh the first point you'll see here is actually a new project but still very important something we've not discussed but continued Improvement for Safety and Security so that is something that we'll talk about today that is an addition to this project list um one of the questions we were asked is to take a look at the middle school improvements and how we could reduce the scope of that renovation but still provide some flexible learning opportunities for seventh and eth graders so um what we'll talk about
today is the Improvement just to the science classrooms for our seventh and eth graders the other question that was asked by the board was to refocus the maintenance projects to be just the highest priority projects so we've taken a look at those and identified four items that would be our highest priority projects that were not um resolved with the last referendum construction projects that we conducted and then um the board also asked for the district to make a recommendation on kindergarten additions and at this time we would not recommend um adding kindergarten additions to the buildings so the the cost estimates for these projects let start with Safety and Security this is enhancing compartmentalization and key card access throughout the buildings throughout multi-purpose spaces gyms corridors um we have 453 doors about um for an
cost estimate of 1.1 million um the renovation to Middle School classrooms if you remember we talked about doing all seventh and 8th grade classrooms this is focusing again just on the science classrooms we have 14 of those between the two middle schools at 250,000 a classroom that's $3.5 million and then the next four line items here those are our long-term maintenance projects that we have now if you'll remember we had a lot of long-term maintenance projects we've kind of Whitted those down to four of the highest priority with a reduced scope for those so all of those together with mechanical systems plumbing and piping flooring and replacing windows and doors is a little over 7 million so if you add up all of these projects that the total there at the bottom is is just
about 12 million have any questions about these projects does the Safety and Security mean all buildings in the district am I reading that right okay it would touch every District just double checking that I'm understanding okay absolutely and add a little detail on the the middle school as Nicole mentioned we were kind of looking at full Renovations for the seven and eighth grade all classrooms um presently there are opportunities for the other content areas outside of science to utilize some flexibility with um moving partitions and so forth our science classrooms are actually the one area that is all brick and mortar um at both campuses so it was somewhat intentional that focusing on science because they presently do not have the opportunity as the other content areas with the existing Sy systems that we have
in place um and this would then allow that department of why we concentrated on the science um and students move through the science curriculum where they may have other paths for some of the other content areas so would really touch all students as well without having to do the whole building at once but it also allows the opportunity to work on science but then you could come back and do more renovations to the other content areas at a later date as well so that's just a little bit of how we got after a series of meetings of why we landed on that particular because we thought it would touch the most students and actually open up some opportunities that don't presently exist and Nicole and Sarah just to underscore those four maintenance projects that this
is beyond the scope of what our capital projects fund would cover right because we we would need it we need this additional funding you know to be able to cover it that's correct that's beyond what our current capital projects fund cover or or asked another way if we don't include these under the referendum they're going to need to be done at some point so at some point it might have to come from Capital if it doesn't come from a referendum right I mean they could be part of summer projects we have to find somewhere we'd have to find the funding we have to fund it somehow at some point right just to follow up on your question do you know like I mean are these next five year next 10 year do you have any
idea yeah the the reason that these were identified is because they are the highest priority so they are the ones that we would like to address in the near future so they would impact all of our current plans for summer projects we don't include option C or by doing them it would allow us to do other yeah summer projects well we yeah but our current summer projects budget would not cover we would put not cover this definitely not one two yeah three to four years worth of Summer and then if we did these though then we wouldn't be able to do roofs and right okay all right so I think we are any other questions on option C okay so um I just wanted to comment that that um we did not have the um
charge on the to vote on tonight so it's not going to be part our action items mostly because we wanted to talk through this and make sure we had this down so we have it ready for um uh our next meeting on January 9th yep so border you're I'm just going to reiterate make sure I got this right so we would keep option A as it was keep option b as presented this evening and keep option C as presented this evening and that's what we would include in our um charge that we would um bring forward potentially for approval on January 99th and just to go one step further do you anticipate with the charge that our committee could then pick like AB B C or D from option C or is it all option
C you know is is is there flexibility on that or or what the way we have it reading right now is it is option A B and C and then um they would bring back to us not they can CH if you remember they have a they have an opportunity after the first two meetings check somebody check me here Samantha check me that they could come back and say we really think that I'm just making this up yes that's that the windows and doors ought to be part of option A you know and move those things and make bring it back to us for approval but um they would have to meet twice before they can bring that back does that make sense would they have the option to recommend putting back like the west
building addition or the courtyard Edition say hey we really think we or is it op again they would have to bring that back to us okay and then we would need to approve it but but the C Is All In N it's it's not a correct okay just I just want clarification they can come back and and make I just want clarification that's fine okay I feel like option C is really large to say all of it or none of it I I don't know I think it's hard to let them pick and choose though also I don't know if we could narrow it down or I don't know how the rest of the board I tend to agree with you Le I think I wonder if we could present it to them the way
Nicole presented it to us like you Safety and Security would be one bucket and then middle school science classrooms and then those four together as it as a third bucket Nicole they're not connected like could you do mechanical systems and not do the plumbing and piping or could you do mechanical and windows and doors or can they all be are can they be alak cart can you choose one yes okay all independent I guess what I don't want to have that I mean if this is what we think is a priority this is what we bring forward and then let's let's hear their feedback okay I agree okay I just think it's too much might say I I would only like to do one of these and which one does the board like the best
well I'm making that up but that's kind of could we maybe ask Nicole would you be in a position where you could prioritize these and rank them from one to six for us or maybe the last four right or yeah we didn't ask for that we are we asking them to modify C then so I'm g go back go back on the statement I made earlier we're asking do we all want to modify C and ask for the I I would at least and I'm sure you're going to be doing this I would at least like Nicole or someone else to at least to this to the charge committee explain the r like just kind of Let er said like this is why we're doing this this is why we recommend this and then you
know maybe they'll say like yep Safety and Security we totally see the reasoning but I mean I think ultimately I hear what you're saying Leah I do think it's a big number but I think if I was just a general person coming in and listening to this I wouldn't understand the need to replace the steel piping and because we have to do it anyway and I think they're all related to Safety and Security right just that that one line name is specific you know uh Safety and Security but they're all in my opinion they are all related right if we don't if we have a problem with our flooring or Plumbing that's becomes environmentally related and and safety related but um so is that okay if we like as part of the first charge committee
meeting that we have a detailed explanation of what C is yes so there it's thoroughly understood and do it that way I'm still chewing on it I don't know I still feel like the numbers are I think the number is going to be important to the community and this is really large well that that's why we're doing this charge committee too right that's up the charge committee I mean I mean our our charge to them is let's get a referendum that you think we can pass and I would hope that you know that's something that's something they would consider as the the bottom line because that's an important part of the the charge right but we don't want to make it impossible to do this in four weeks either for them we need to keep
it manageable so I'm GNA look for kind of a show a thumbs here are we okay to keep it as is or do we want to spend more time um narrowing down c a little bit I'm fine with keeping it I'm fine with keeping it as is as long as is there is it is it explained okay can't is that okay I'm fine I'm okay with it two as long as it's explained but also I don't know I I just think it would be important to understand from a district standpoint where the priorities lie so whether it's Safety and Security that's top or if it's flooring I don't know I mean I think it' be a point to understand where you guys stand well I think the community is going to ask the question you
know why don't we have this in the budget and that's going to come up anyway that's going to come up anyway or why didn't we have this in the previous referendum I mean those are all good questions those are all good questions yeah absolutely okay so we'll keep up see as is okay we'll make sure that there's a detailed explanation if there's any further prioritization that that that you guys want to share that would be great or any further reductions that you want to present I'm sure nobody would argue with you um okay we can do that does that sound good sure yeah and then I want the board to also recall um there may be some suggestions or refinement as we contemplate uh working with a consultant correct and I know that's later on
the agenda but there may also be another thought or suggestion that uh comes out of this as well of how we're blending those so another great reason to not put the charge on tonight's agenda right so we want to make sure that um if we are able to have a consultant by the end of tonight that we would have an opportunity to work with them um to um massage anything that needs to in the charge committee correct that makes sense good okay I think we may have one more slide so lots of discussion tonight of our options and dollars and cents so miss logger is going to walk us through what would be the implication of um a a dollar amount related to a referendum question so okay so we started with 10 million nice
easy number and then to make it a little easier we have a couple tiers for you to take a look at so uh $10 million borrowed on a $200,000 home would be $153 33 so per year yes yes so then you can see 25 million what that would look like in 50 million carry all the way down to the bottom you see $425 and think yikes that's a lot of money so we took a look at what is an average tax bill on a million doll home and it's around $114,000 so $425 is about 3% of that tax bill so yes it would or still be an impact to any homeowners tax bill but when you're looking at the um you know magnitude of $15 on a $200,000 home versus 85 in that same category
you can of course see it's going to escalate with the value of a home but for full transparency on top of the referendum they're still paying off and then absolutely absolutely yep that's why this is important course when are they done paying off the current reference it's a 20 year thing so we started what three years ago so 17 years 17 years so you're p on the flip side everybody's benefiting from the results of the referendum I'm not AR I absolutely agree with you well thank you I know these were hard decisions I to say you know bar thanks for saying that because you know in three weeks time you know we we left that night we had a Thanksgiving break and in 3 weeks you can see the results I hope of our team
and a lot of others of a number of of meetings in a lot of different formats of really trying to think through the auditorium think think through fine and visual arts as well as District projects and how can we think differently about the projects we presented last time and just a lot of reflection a lot of scrutiny and a lot of hard work by the team so I really appreciate everybody's efforts on this no you guys all worked hard I also want to say the board's questions aren't criticizing what you guys have done I mean just taking the deeper dive and asking some of the harder questions you guys have thought about this already we're seeing it for the first time so please don't you know I don't think it the wrong way I don't
think that way at all it's good questions for us and and I think actually it's been very productive the last two months of these are hard questions for all of us and anytime we're asking or probing whether it's administrators board and so forth I think that's part of the process and and I think we keep getting refinement and better outcomes through through the disc discuss yeah thank you all right so marching orders I try to summarize at the end of these these discussions right um we're going to follow up and ask some questions of the experts da about fly space and balcony and how that could be incorporated and what that would entail um I already have a detailed amount of information on Acoustics um related to making any adjustments to the auditorium so that
will be in the weekly um we determine we're we're going to leave option A as originally presented right option b as presented tonight option C as presented tonight with detailed explanation of C when we get to that point right um and then the administrative team will reflect on there's really in my mind three categories in C there's from a Safety and Security lens there's that instructional piece with the Middle School um flexible classrooms and then there's the mechanical the you know capital projects we can re we can think about those three um and then if we arrive at a we would prioritize it in a certain way we can provide that as well is there anything I missed or any other thoughts or questions that came up would you prioritize the projects within c as
well or within that those maintenance those forms yes than you we can do that a rank within a rank thank you we can do that sub prioritizing yes okay um there is one other thing that I would I just wanted to um let everybody know that we did as I have mentioned before we've had people come forward to help us lead this chart so um we've confirmed two leaders at this point in time we've got Margaret dstream who's with us here this evening as well as Lauren Brook witz Clower so we're very excited to have them and um as we continue with our meeting tonight and go through actions we'll make sure that we engage them um as we have the discussions on um how to bring forward um the options to the committee um
once we um formally adopt that charge so thank you all right all right great job team thank you I now I got to reorient myself where are we I know all right action item all right we've got a few action items to get through here this evening so the first one is um consideration do we have a motion to con um to approve the referendum consulting company contract as presented so moved second um do we need to have um any discussion on um on uh where we are we've had we had maybe I'll turn it over you to describe where we are and um yeah absolutely and further comment on the recommendation so in the weekly packet um you know we've had conversations uh at the board meetings about the idea of a Consulting uh
agency working with us to really um work on that Community engagement as we go through this process um outside of the board meetings uh we've met with four different uh entities that provide this type of service um and after interviewing and working with and reviewing proposals we've arrived at an administrative recommendation for EO Sullivan is listed in in the the agenda this evening and and was attached okay Barry and I were able to participate in those conversations and and support the recommendation as well so have a question um yeah um so looking at what they would provide to us a little bit of it we've done already we've had some Community engagement we had the meetings at the high school where we had lots of U members of the community come out and talk with
us um would that be double doing like some of the things that they listed through there and we've done you know we're getting the charge committee going so we worked on some of those things I think a lot of the things they'll provide is going to be really important and helpful that's a great question and I think that's one of the that's one of the reasons we didn't bring the charge forward is because we wanted to make sure right that um we go through all the work that's already been done and uh make sure we reuse what's been done and then supplement and make sure that that what we put what we put in the charge matches um they have some recommendations I think I think they're going to have some recommendations on how we
might even update the charge a little bit okay and I think the other thing is EO Sullivan was the most flexible in terms of I mean they're impressed with what we've done already but they want to work with us some of the others were going to discard a lot of what we've done already and say no we're going to start over and I don't think we want you know just TimeWise I think we've already got started we don't want to you know go backwards go backwards right as far as the timeline too yeah seems to make sense with what we've you know from their you know um proposal it looks like it matches with pretty much what we've been talking about and thinking about um so yeah yeah and I think to add on to
that there is going to be some overlap because there's going to be some people that participated in the study as we looked at what is you know what is our current Auditorium space what what are the needs that we have and we did that six-month study um and everyone was invited there was Community engagement I think there could be some carryover of individuals but I think in addition and on top of that part of the process is to make sure they're engaging the entire Community um in that conversation um and then getting the reaction from the community to the things that have been identified so going Beyond identifying the priorities but then really understanding what does the community think of those priorities and what are their thoughts and opinions and and taking it one step
further well and I guess just to you know be clear with the community that we're being responsible with funds that you know is this worthwhile is it expensive this one was uh the least expensive and we know about them from prior experience with them with our previous re referendum um and that we wouldn't want to spend twice if we've done things already and if there's things we can do in house you know um that they would work with us but that we can provide you know Samantha does great work and and she's here and understands our district but um to get the expertise from them is a good idea in situation and to help us focus on what our community is telling us and to make sure we hear it I think is important because
you know two referendums ago we didn't understand what the community really wanted and it was a um a close vote but it was a very complex uh referendum with many moving pieces and it was difficult to explain and then I think we focused on the last referendum that we needed to come to the right uh number and what the community understood as far as like the tax repercussions and that that was really important so I think it's important that we get it we get it right what what our community wants so so yeah so um I I think this will be helpful to us I agree any other comments or questions one more comment actually um I think it's also really important that as a board we know what our what our limitations are as
far as a referendum question and what our role is and is the administration's role as a school district that we make sure that we're clear with that um and I know it was really important last time too that you know our our role is to educate about it once once we figure out where we're going with this and what we're what we're going to do um and um and uh go with that and just make sure we're all on the same page and that we're very straightforward and clear about it too which is what our job is versus a community group might be you know how that works it's a great thought so just to make sure we stay in our lane you know knowing that the conversations are evolving and heading that direction um
one of the things that I'm having our attorneys and and for our administrative team to review is putting together kind of a dos and don'ts okay in a in a step-by-step process that actually can coincide with the phases that we're going to step through over the next 10 months so that it's very clear and accurate I intend to have that uh for the board and our administrative team uh after the winter break so I'm putting that together right now exactly in line with what you're thinking is that as we take the next step of we've been doing a lot of refining and and work at this table but as it starts to go further being prepared for that ahead of it so take vacation time now because this will be a lot of work in
the future like I said buckle up 2024 is coming it's all good good all right all right are we ready for a roll call go ahead Leah Kiser lazari yes Barry Al Scher yes Diana Clapton yes Erin shanding yes Sandra Bradford yes Katie carum yes Steve Wang yes all right motion passes so now that we've approved um I did have a conversation with them that I would follow up with them tomorrow based on the outcome of the of the board tonight um but I did have them earmark on their calendars placeholder for January 9th that they can come and join us um and then step through and and really get into a little bit more explanation of what their services entail how they can take the work that we have done to Dr Al's point
and really kind of Step us through how they're going to blend those those two concepts together in a way that they can map out for us um and they'll be here um that evening if the board wishes to have them actually come and speak to the whole board I think there could be some Advantage obviously Sandra and Barry and myself have had a chance to to meet and interact with them and the other entities that we were considering but would the board like me to follow through and and set that up with them yes please yes please yes and I assume you'll provide them with stuff now so they can go through it and when they come on the 9th I mean I realize they have winter break also in holidays but hopefully they'll be
up to speed on the nth they will um we actually tend to we also uh have a placeholder for them to meet with our administrative team um following the holidays to start to um have some of those preliminary conversations that they would normally do uh with school districts or other clients that would hire them so that when they come into the meeting on the 9th that they've already asked and kind of Step started to step through their normal process so we've got that set up too good sounds all right excellent all right let's move on to our next action item do we have a motion to approve the property tax levy so moved second okay um Dr Wing do you want to give us an overview we had a hearing last meeting um yeah we've
we've stepped through the process of presenting um the recommendation we've had the hearing what's on the agenda tonight um there are no changes uh to what has been presented previously um this would be the action by the board to approve the L are there any questions or comments before we so I do want to make a comment so I'm sure you guys are surprised that I have a comment about this um but that being said while I'm certainly in favor of funding the district and approving the levy where I'm and this is you know me being the broken record here where I'm concerned is just the fact that we are still at this level and we have citizens of this town who are struggling to pay their mortgages struggling pay their bills we're talking about
a referendum and while perfectly you know rational to go through this process I just have a hard time saying yes to you know tacking of 5% to the liability the taxation that we're putting on and I think it's still be determin but that distribution is not going to be even I mean we've talked about how this doesn't necessarily imply that each person will see a 5% tax increase but the reality is you know and this is what I've read I'm wrong but I've read things that indicate that there's drops in in commercial values and so anything that's in cooker lake that is having a drop in commercial value will intently reduce their tax liability and and increase the um the residential tax liability so that 5% could be more could be less really depends on
your valuation of your property but you know I'll just share same I've been sharing from the last three years which is I feel like we need to to be in a position where we can start talking about metrics or you know real initiatives we can make to start reducing our cost structure um and while I and again this is I want Echo what very said about comments were made about the referendum this is not an indictment or a criticism of what the administration is doing by any means don't want to say that at all super you know supportive of what Sarah and team have been doing I mean they've done a fantastic job I'm just asking for that next step down and so I will be voting no but I do want you I do
want to make it clear that I'm obviously supportive CL District just not at this level understood okay I think it's a good reminder too it's an opportunity that we'll have at our January 23rd Committee of the whole meeting sure to have further conversations about uh about how how we might be able to structure things um and give any direction to the administration at that time as well well regardless of how this vote goes yeah well and and I'm glad you said that Sandra because I think where I'm at is I'm hoping that we as a board can agree to you know unify on this and make some changes you know I think one of the cool things we've experienced as a board together over the last you know several months is that there are options
that we can take some and they don't necessarily include programmatic changes you know whether we're willing to go those routes I don't know but I think we work with Administration to find you know other options as well maybe some of the ones that were we talked about I I do think there's a method here and it's not going to change how we deliver you know education it's not going to drastically change how we're highly rated and and it's not going to change the fact that we're supportive of the students and teachers in this District okay I agree and as we go in to try to pass and push through another referendum I mean I guarantee you most of the taxpayers are going to be asking are going to be taking a hard look at how
we're spending their money and where we're increasing fees and where we're and I just really think I know when you break it down it doesn't look like it but when you add them all together it is affecting families in our district we need to be cognizant of that so totally agree and I we have a great opportunity coming up like you said Sandra is there anything um that the board wants the administration to prepare um in addition to our assumptions that we we would generally go through um on for the 20 meeting on well personally I'd like to see a list of non-programmatic changes that we could Implement and what the approximate you know impact would be to our budget and you know ideally that number would equate somewhere to the range of a 5%
Levy increase so call it 7 million or $8 million okay I want to I want to I think we've I mean that's that's my op I hear what you're saying I'm I'm just trying to understand um because we've talked about I I guess can I phrase it this way we already know that um going that deep is definitely going to impact programs we've talked about it last year we talked about it the year before we know that that that kind of a number a 5% number is going to impact programming let me clarify this can be over several years um you know we've talked about how these numbers can add up I'm not saying that we I'm not saying that we have an8 to10 million change in year one this can be $200 million I'm
sorry $2 million next year $2 million the following year and cumulatively over maybe 5 years we'll get to 10 over four years get to eight I don't know I'm just kind of I'm honestly just make up a number but I think that's how we get there we do this gradually I hear you so I think it would help Dr winlan if we if we want to say Can you show us what 2 million would look like I'm just repeating your number sure um is that something that the board wants to see on January 23rd and and we can adjust the number if we don't like to yeah I mean we can model yeah I think it makes sense to look at it okay we're all good I do want to mention too I do think
that by not issuing duub the last couple of years I mean we have been looking for ways and have saved our taxpayers it has been a few million dollars it's not insignificant and I just want to mention that we've been doing that um and I think every time that we look for cost savings it's it's you know project by project Case by case we're not we're we're trying to look for the best way to be stewards uh of our of our taxpayers our District's money um so I think I think that we as a board have been doing a pretty admirable job of that in the last couple of years that said I think you know to your point Steve it's always a good idea for committee of the whole to continue to look at
ways that we could reduce um our expenditures so but again cost of services and goods is is rising as well and so we have to figure out a way um to pay for that we've just unanimously approved a new Bea contract and that has to be paid for as well so but I do think that we are we are doing things and the DB not issuing DB was extremely significant ER I agree that's just one of many examples this district has done over the last several years just since I've been on the board I mean again U Sarah Dr B team have done incredible work that's this is not a you know criticism of anything that's been done it's a just a comment on the growing expense profile that we have as a district and
I should add though just that's despite the fact that our our Administration has done a great job of tightening the belts absolutely so I mean if we didn't have the the um things that we have done I think we would be having a whole different discussion in terms of deficit spending and and needing the DB and so so I mean I applaud our our Administration and I you know I I as much as it's it's hard that we are asking for an increase of our constituents I I think this was this is a well-earned increase because of our our um Bea contract that we just approved and you know remind our community that 80% or more of our income comes from property taxes that's state of Illinois that's not barington that's the way things are
established in our state and 80% of our expenditures go to um all our employees all our great Educators and support staff and their insurance and their you know supplemental um benefits that they get so we're Limited in terms of where we can cut we're looking at that 20% and even less than that to make the cut and making a cut like in the 5 million range is is a huge percentage of of our you know residual budget so um you know I'm I'm just a little offended that every year Steve says the same thing we're doing Yan's work can we do better absolutely that's what we're going to be talking about in January but you know to every year vote against the levy if we followed your lead we would be in terrible Financial Straits
right now so you know I just think we have to be very careful we have to represent the whole community and be responsible with not only how we spend our money but how we bring in the money and deficit spending is not going to happen while I'm on the board and that would be if we followed your lead that's what we would have to do or cut significant programming as we've talked about in the past which we don't want to do that either so okay so for January 23rd we'd like to hear what we can make any reductions we can make avoiding program as much as possible Right Steve um and up to 2 million is that is that a good number it's a great number okay to get us started off with and we
can talk about at that meeting also what it might look like if we talked about multi-year yeah I was going to say I I feel like you know it's not going to be one year to make $5 million right Barry I mean it's could to be a gradual process I mean let's see what they can come up I mean let me just put it this way without you know put it to public something you and I can align on at least one thing we came from an organization that did $2 billion worth Cuts By Doing 500 million a year it's doable and again we've said running a hospital system is not the same as running a school system I think we've also been shown by our by our financial department how we can make cuts
and we all know that so that like to like I think you're being pretty critical of Steve in a situation he's trying to he's trying to represent people he's hearing from in this District too and so appreciate that but he's saying he doesn't want to raise the levy at all and that's irresponsible that's all I'm saying year and year out it's I want a zero Levy I I don't want to you know so I just want to make sure that we're being responsible to the whole Community hold on Barry let me clarify something I never said zero ly I last year you did I said something I said it would be nice but I would just like something less than the max especially since well especially since we're seeing you know real wages not going
up by 5% I mean and just make those kind of changes it has to happen over time over time and 100% not at so I guess not this evening so I guess that yeah and so to that end too I mean what I'll say is then in the response Barry if we had started taking this stance three years ago I wouldn't be saying it every three years if we had gradually said all right let's talk about 50 basis Points each year I wor in support of that but each year I've been here it's been let's do the maxim we can do which I mean I guess that right because we do have expenses increasing but I think as governance our responsibility frankly is not to run a zero a deficit it's to push the administration
push those that were governing to try and think differently to do to do differently and if maybe do better I'm not saying they're not doing well doing great I think that's you know all things that we can agree on so I don't know I'm sorry about you're offended but I will tell you that it's uh I I think as as govern governing bodies here it's our responsibility to ask for more I and and I think we ask for more every year and I think they try to deliver it I think daveid Bay has bent over backwards to you know try to meet our needs um and you know prior to when you came we had asked our uh Administration I think this was yeah it was before you came to the board for some significant
cuts and it it was very eye openening to see what they recommended when we asked for the big cuts and you know we we did do some cutting and we um I think it was over $2 million with uh this was two superintendents ago so it it predated you um and and um you know they weren't easy but we did make the cuts when we knew we had to do that so I think tightening our belt you know yearly is much better than you know panicking two years from now because we're you know in either cutting programming or deficit spending so I think it's prudent to to to look at the budget and look at what if we would cut and to know because sometimes there are times of uncertainty and while I've been on
this board we had times of uncertainty where we said you know what we don't know what's going to happen in the future we don't know what's going to happen during this uncertain time and so we need to cut back and be ready in case things turn bad and so to have a plan that we might need or that turns turns into really good management is is never a bad idea so looking at these things with a critical eye to to work hard for our taxpayers to make sure their money is spent well is is always a good Endeavor and and I think we'll we'll keep doing that and we'll do it some more in January and also remember this Levy that we're voting on is based on a budget that we agreed upon already we
need the levy just to keep our budget where it is I mean so we can make changes for next year's budget but we're actually funding you know at least half of the prior Year's budget um so good point and contracts that we've agreed to and contracts we need to we need to be honest on food Transportation contracts I mean everything is going up unfortunately okay so we will on the 23rd will'll come with our assumptions right our assumptions spre we will walk through that maybe it might be a good idea to just if you can add that to your Thursday update so we can all Refresh on that over the break and get ready to go and for our meeting in January as well as you're going to look for any ways we might be
able to reduce spending going forward yeah and I just want to comment on that you know I think everything that's been said the last 10 minutes there's truth in all of it right our team is always managing and being critical and being thoughtful and good stewards and really managing the finances we've all sat here we're all aware of goods and services of gone up we've had specific conversations about those examples that impact our budget so definitely that is something our team is always looking at in addition to the board we're all being good stewards and being critical thinkers when it comes to how do we make our dollars um benefit our students in our in our community I think it is accurate that we have taken on some obligations and we need to make sure
that we're able to meet those obligations I think uh the the board recently has looked for ways to try to make reductions and and you know not uh utilize gab all of that is true and we're going to come in we've already been working on the committee of the whole meeting and we're going to come in with suggestions already with things that we're looking at to make sure we're being those good stewards on top of that good work we will also look at a $2 million non programmatic see if we can come up with some ideas to share with the board so you have that information as well is that the direction for us in the administrative team as we prepare for that meeting and then what was the last thing you asked for the
weekly uh the assumptions spreadsheet assumptions okay that work that worksheet just as a reminder so we can yep so I know we're all going to have spare time of course um okay it might need to repeat that again in in early January we can do it again we can do it at the first meeting in January but I think it'd be a good thing for us to to have in our back pockets awesome okay okay I think we need a vote so let's do a roll call Barry Al Schuler yes Leah collister lazari yes Katie carum yes Aaron Chand ding yes Sandra Bradford yes Steve Wang no Diana Clapton yes all right motion passes thank you board for the good discussion and we're be even more prepared for our meeting in January our committee of
the whole all right next up is board policy I'm going to try this we've got um I think five four policies four policies um do we have a motion to approve all four policies as presented so mve all right are there any questions I need a second Oh I thought I heard a second second thank you are there any questions these were all presented at their last meeting we talked through them briefly these are all changes related were there some changes I thought we changed something I thought we I I don't remember what they were but I thought we had some yes on let me just pull it off I don't remember what they were I'm sorry on 7270 um under this is uh administrating administering medicines to students we needed to add under the
undesignated opioids we had to change that to at all schools instead of at the high school so we added that in okay yep I thought there was something yeah and then we had to answer a question on that one whether we were going to have oxygen tanks so then we took that piece out okay excellent so before I do we do a roll call here um please let me know if there's any other questions or comments but um we are we we're voting on policy 650 School wellness policy 7270 administ mining medicines to students we just spoke about um policy 7290 suicide and depression awareness and prevention and policy 8:30 visitors to and conduct on school property we ready for roll call sounds like it Erin Chand ding yes Sandra Bradford yes Katie carum yes
Diana Clapton yes Steve Wang yes Barry Al Schuler yes Leah collister lazari yes all right motion passes um next up we've got um do we have a motion to approve the bid award for the ELC right turn lanane so moved second okay Leah teed this one up for us earlier today is there anything that we wanted you wanted to add just the much anticipated turn lane talked about it for a while we were yeah we we were waiting uh because there was some other approvals that had to um uh come to fruition and just proud of our team for being able to turn it around once we once we received that to put us in a position to be able um to get this out to bid and add it to our schedule so we
don't have to wait longer that we can have it um coinside with our normal sequencing of construction and being able to add that turn lane uh for the district so just kudos to our team for that well biding early saves US money y so we like that all right let's do a roll call Katie carum yes Sandra Bradford yes Erin Chand ding yes Steve Wang yes Leah collister lazari yes Diana Clapton yes Barry Al Schuler yes all right motion passes um next up do we have a motion to approve the summer school fees as presented so moved second okay um you've given us some memos do you want to give a brief overview we talked about it last meeting but we did talk about a little bit last meeting um because I think the finance
committee was right before the board meeting that evening that's right um you know we annually look at our fees associated with summer school and while we look at it annually um those fees have remained um constant we have not looked at any increases in our summer school fees uh for quite a number years and so the suggestion as provided in the memo is tying an increase this year to CPI um uh which I think the recommendation was 6.5% now when you think about 6.5% in the memo it does Describe the impact on um programs would be $44.25 per academic course and $6.40 um to the fee for participation in a camp um program during the summer school do I remember correctly we haven't raised them by very much in a long time or is that
or is that that that's an important piece of this I think right that we just haven't because we wanted to make it affordable for our families I think it's over five years if not more was um 2014 I believe so I spent some time looking through prior memos to get an good idea of when that was and 2014 looks like the most different Year from what we've been reflecting for the last several years about right so it might be a little little overdue to catch us up just a little bit even though we want to make it still accessible so we haven't raised them in in nine years but the fee increase is equivalent to one year of CPI which is 20122 at 6.5% okay and we typically run our summer school at a not
for profit right we've been running it at a defic deficit this still puts us in a deficit position but less of a deficit if that makes sense we're trying to control that that cost okay other further questions or comments all right let's do a roll call Steve Wang yes Leah collister lazari yes Diana Clapton yes s Bradford yes Ain Chand ding yes Barry uler yes Katie carum yes count right motion passes I try to count the number of votes um all right so our last action item for this evening do we have a motion to approve the D Architects um B101 and b133 contracts and the kab memorandum of understanding so moved second okay so we already had some discussion earlier about about um what this is is there anything you wanted to add to
that before we yeah I mean I think we we are looking to provide full day kindergarten programming um with the start of the school year next fall and as we've talked about at prior meetings and again tonight um in order to make the renovations um uh Contracting Services for us to do those Renovations at barington high school to support the kab those are the contracts that we see before you tonight this effectively adds two Elementary classrooms MH and with the use of the ELC one classroom you know expands our kindergarten classroom by three classrooms across the district um which is I think going to be required obviously as we um move to full day kindergarten considering it tonight is important so we can keep on our same time schedule to then begin that design design
work and really start to you know critically look at those spaces and any Renovations necessary to appropriately outfit them for elementary and specifically kindergarten or smallest Learners to be in those spaces can can you explain and I should have asked this before I apologize the memo of understanding we have a master agreement with a memo of understanding and a master agreement without the memo of understanding what what why do we need a memo of understanding or what is so the the one contract puts us in a position position to have da work with a uh construction management company and then the second one that's on there puts us in a position where they can continue to provide those Services if we encounter a need for them to continue the work um without the construction management
company so it gives us the flexibility to go path that we would prefer um it would still if we decide to do that it would still come back to the board later for any approvals okay good question Mary thank you for that any other questions all right let's do a roll call Diana Clapton yes Ain Chand ding yes Steve Wang yes Leah collister lazari yes Katie carum yes Sandra Bradford yes Barry aler yes all right motion passes all right team our last discussion item is agenda items for January 9th um so you see there we um are looking to bring forward the referendum advisory committee charge and approve triple I expenses um we're going to be meeting with the referendum yep that's a discussion item oh discussion didn't see it there okay no no I
was following your lead Barry oh okay what we what we discussed tonight was was having the consultant come right um to to do both of those things is there anything else that we need to do okay dare I asked we have a motion to adjourn so mov is there a second second all second second Merry Christmas any opposition all right thank you we are adjourned was no happy holiday I was like Merry Christmas do it
