That's transition. Hey There we go. Please skip any or others. It doesn't Okay. All right. Did you start? Good evening. I would like to call the Mayboard work session to order. So I have a motion. >> I have a motion and a second to call the May 4 work session to all. All in favor? >> I opposed. At this time we have discussion of the May 11th school board meeting agenda. At that time I would not request my father pass and this will be taken over that board meeting next Monday. First, we'll have the call to order McCome school district vision and mission statement. 30 second of silence adoption of the agenda technology update. Mr. Bigs, >> would y'all like to do this tonight or next Monday? >> Hi, Mr. >> Yes, sir. So, I
have two things for the board this evening. We actually started a new health desk ticket we put in place as of April 23rd. So just to show you since it's been in uh use, we've actually added 47 completed tickets with currently about 15 that are outstanding. And that was when I ran it off this morning. Um as of this afternoon, we probably added 10 to 12 of those that we've completed since then. So we're going to have a better way of tracking the other help desk system would go down continuously or we had issues with login for teachers and other people. So we've introduced something new which is actually letting our track our tickets our corrections a lot better than we have before. I also wanted to pass out what's happened since last month. If
you have any questions, please feel free to ask. We've had a few things happen that were big events here in the district. So I'm going to mention those very briefly tonight. I don't want to keep anybody, but at the same time, I want you to know what's going on. So, after the last board meeting, we actually had a port on our firewall that went down, which caused a district-wide outage for a day. It took us about 17 hours to get the company in hand so we could figure out how to correct and get it back up and running, which we did. And actually, the equipment was set up and running better than it was prior to that happening. We also had energy turn off the electricity for the west side of Mcome which shut down
the internet again during testing during the afternoon. We were able to work with the department of education to get our kids finished the next day. So we're able to take care of that issue as well. We had a cyber security incident that we don't yet know if we've been affected or not. One of our vendors in structure who provides canvas and master connect to us had a data breach. So, I'm waiting to get more information from them so I can determine what best next course would be. Since our login aren't actually kept, we log in through class links to those programs. They don't actually have actual accounts and passwords. So, I think it's going to be less less likely that we have information that we share that shouldn't other than possibly email addresses, but I'm
waiting for them to send me an actual data report so I can find out what we shared. Um, also, I know we've asked about it. We've currently finished our -ray filing for our category 1 expenses. That was actually completed this morning. So, we've set up reimbursement for about $112,000 starting July 1. That'll cover our ceasefire for the next school term. So, I was able to finish it. It lasted taken care of this morning. And also met with Mr. Vic. We have a meeting or I have a meeting on May 20th for the Department of Education to work on our category 2 resources for the following school year as well. So, we've got that in place and have that actually happen in the next couple next couple weeks. You have any questions y'all would like to
ask me this evening >> on the I say completed the category one, right? Category one for the next school term which is fiscal year 26 for e-ray is complete. Yes. Yes sir. Has been submitted. >> It has 471 and 46 forms have been submitted as of today. >> We've already got approval back for them. >> We've already got approval back for those expenses already. >> Okay. the uh balance from the budget area on between technology and district maintenance will be for next school term is working on making sure that the correct software and program money follows it will be set up for our next school budget starting with our next fiscal But my concern is what I'm trying to ask if the corrections have to still have to be made in the in the interest
making the corrections with that correct um the past year's budget. Actually, there's no mistakes. We can spend the money out of those accounts like we did. There's no issue with the accounts that were spent in. The issue was more with tracking. It's not where the money came from, what account it came out of, there are legal every account that we used or was used prior to me being in this position. They were okay. But the issue becomes if you look at my budget, you see a number that's a lot larger than it should be because a lot of it is curriculum purchases. It's software that's being used by the schools. So I asked Mr. big and all to address that next school term so that when we spend money for infrastructure upgrades, you have a
clearer picture of what's being spent on actual technology and not being spent on curriculum use for students. Now, that's still going to come out of the company's curriculum's budget to be a way to track it. And up to this point, it was 100% legal the way it was done. We just want a better way of looking at it to make sure that we have a clearer picture for how we spend money in the future. >> Okay. Well, my my reason for asking because I'm looking at from an audit. >> Yes. >> An auditor perspective. >> Nothing that was sent out of those accounts was break any audit rules. They were legally spent the way they were. >> Thank you, M. >> Yes, ma'am. Thank you. >> Thank you. >> Yes, ma'am. >> Um, the power
outage will be notified prior or was this a spontaneous? >> It was an after the fact. Mr. Big and I talked about that. Uh we actually reached out to Energy. Our maintenance department did after the fact to make sure that didn't happen again. >> No, they they didn't let us know, but we made contact with them. We inform them whenever they have a schedule, we need to know. We need to plan ahead and power down. We need to power down >> cuz it did it affected every one of our schools on this side of Mcome took the internet down for the whole school district. And actually, it took one of Unity switches out, which should be about 7:00 that night to get it back up and running. So it would have been really great to
have known about that ahead of time. >> Thanks. >> Yes, ma'am. >> Next on Monday's work agenda, they have recognition of service and contribution of Mr. Shartel P County Corner recognition of service and contribution of home school district police department at school Higgins and Ever School. Next we'll have review of the minutes. Any questions or concerns about the minutes? Next we have review and approval of financial statements. Any questions or concerns? Next we have review and approve of claims. Doctor, any questions or concerns? Of course, >> Dr. What is the claim? Um and I guess this person would be more or stay on his only um services for the speeches and um We have two that are significantly um costly. Is there a difference between the services that they provide? >> I think I think
the own the outsourcing of the speech services. >> He said they're different. So um all the speech services are contracted. I wouldn't have any speech pathologist on staff for the district and in order to but those funds come out of the state district fund. So that's contract. Okay. I guess my question relates to we contracting now one but then we have we have two they do the same thing all lives just one we have a very large case load of language children that require language services and so that that's why it requires and one of them um one of the vendors um She's also service and all the evaluations offic Yes. We we want to find somebody that develop certified down but this route here allow to serve our student we always look at the
power oh there was one other claim docket number 848021 one actually. Um I see I seen it as you know out of the federal funds. Um what is the um service that they provide page 125. Um that's a um I want to say Harvard consultant that's coming out of the title funds and I want to say she may work with she worked with staff but she may work with teachers but I need more details but that's her own company working with some of the >> she work with teachers and she work with the to pull out. >> So, how many how many different I guess speech or companies do we have working for the district? Is that going to be small talk dynamic rise and shine? Any more questions? >> At this time, we have
the reports in business of the superintendent. >> Uh, thank you, Madam President. Report presentation of the superintendent number 138. We have our monthly money report attendance to go and break down his report. >> Uh B, we have a consent agenda. >> Any questions or concern about the consent agenda? >> Uh next scene we have the regular agenda number one, approve of policy review. >> Any questions or concern? want to know heated. >> Yes, ma'am. We have to uh provide a certain amount of money for what do I feel? Number two, approval of candidate anywhere. >> Any questions or concern? >> Number three, approval of Kinder Boost Pro. >> Any questions or concerns? Number four, approval of ABS in on call. >> Any questions? >> Um, how are we submitting a contract? contract is not >>
well what Dr. B when we first uh had our original contract with this company and this is what our SRO officer used to file a report in report and then connect with the uh police department with the sheriff department. uh when it when the first invoice we received did not include the setup cost. It was it was just the uh amount that we going to use for the service for the year. That was a setup cost and the training cost that was not included because we and they provided the set up in training. So we do need to go back and u add that in so we have to pay those fees. What I'm saying is this contract we had set up what I'm saying is for purpose or chance to be penalized for not
having so cost the same because this is contract right and this contract does not include the setup car but we we have a a separate one when we went back a setup car >> okay so that's what not attached to this concern. I'm not I'm going to approve it. I'm going to approve what's what's happening. >> So, Mr. Just for clarity, this has already been done. >> Correct. Yes, ma'am. And it was not included in what we approved. >> No, ma'am. The set was not included in what we approved. We can go back and get all the original board. >> Any more questions? I was reading was at the end of the invoice where it said something about one time set up $3,000 to include set up and training. >> Yes, ma'am. >> Yes. >>
So that's what I'm saying as such. Why would you put it as a >> yes we would get all those attachment but it is coming from district. >> Yes sir. And this just they just quote out services but we haven't seen we have not been invoiced yet. So it's just a quote. It's coming out. Um it's our own budget. That's an issue budget. Yes. So I think that's the I think that's the issue that we're having. If this have not happened, this has not happened, right? They have not done the training. They have not installed this. >> No, they have done the training. They have to stop. >> But that's not what you say. Cuz if that's the case, the date should be different. >> I said this the quote. They haven't invoiceed us for
anything. So we going back on a quote. So what will bring this to the attention to get placed on agenda? I think that's where the computer. So we received um the first one that got it approved. So when they put the PO and everything, it was more than what was approved cuz um we approve it. The the total amount was like $90,000 I think. But it was only approved for board approved for six. So I told I couldn't move forward until everything's approved. They only got they left this part out the startup cost on the original board approved for the contract. >> Let's see. >> We I don't remember when we approved it. I know I know we only approved the 6,000. >> I know that. I know that part. That's that's why personally because
I see that this has been put on here as a footnote. >> That's why I got the problem. >> And and that and and I know that they were supposed to have gone for the training. And yet I also have asked that this information that's in the content of the services that they be provided that they also cover >> it also in the cover page and also be included in our just like we do the daily attendance and enrollment if they we've got so many statistics that whatever they the SRO have done for that month then let that be a part of our you know board so that We'll know that first of all that the training is effective, that the the software platform is being used and it's being used correctly and that we
can reference back to this for our records. So that we have they had to pick up some students and take them to the police station or whatever incidents we had so many guns or weapons or whatever. This is what this program is supposed to track and it's supposed to be able to give us information so that we won't have to be asking these questions. Am I correct? That's the reason why we got it. Here's my concern. Like I'm already because like you said, it's a one time startup $3,000 instead of the training. That's a big mistake. something that's already occurred and then we are trying to back field for $2,000 like was it not communicating in the original setup? Was it not communicated before came out like you know everything is going to have set
up. So why was it not communicate at the end before it even came to the board? Now on that side, I'm not sure >> at this time you miss at this time. I think that we need to take that contract and get with the attorney and and let's let's let's clear some some things up. That way we won't be going back and forth some information that we none of us are sure about and she's not here. So we we need to be able to turn the date and chief while until we can um declare question brown. >> Yes, ma'am. He's the one that really uh came to us about this. >> All right. >> Any more questions at this time? Yes, ma'am. Thank you, Madam President. Uh, number five, approval of MCOME school district 5year
plan. >> Any questions on concern? >> None assist approval of SLCDP grid. >> Any questions? Number seven, approval of summer meal program. >> Any questions or concern? >> Number eight, approval of summer hours. >> Any questions or concern? >> Number nine, approval of purchase of SRO patrol unit. >> Any questions? Yes, Dr. >> Can you explain that? >> Yes, sir. Um, right now, um, Dr. B, it's just very difficult for our SRO to cover all of the landscape that they need when it comes to traveling with our students and different events and still coming to campus uh, effectively. Uh, we lost two patrol business this year that was not capable of being prepared. because we we do need at least five at least one more unit just for safety sake they can get to campus
and uh and provide the service they need for our student travel. Okay. So that's I as go a couple ways. So I think what we need to say is approval approval of control vehicle units. Yes sir. >> Yes sir. >> Number 10, approval of purchase of two uh school buses. >> Any questions or concerns? Number 11, approval of summer ESY staff. >> Any questions of concern? >> Number 12, approval of a personal renewed superintendent. >> Any questions or concerns? Number 13, approval of a contract with educational material specialist. Question of concern. >> Number 14, approve a contract with Rise and Shine. >> Any questions? >> Number 15, approve a contract with Sage Learning Company LLC. Any questions or concerns? >> Number 16, approve a contract with a magnity. >> Any questions of concern? Number 17,
approve a contract with instructure mastery connecting platform. >> Any questions? >> Number 18, approve a contract to accelerate the burning stem. Any questions? Number 19, approve a contract with curriculum associate I read. >> Any questions, Dr. Simons? >> Number 20, approve a contract with class work. >> Any questions, Dr. >> I apologize on number 19. This is the edition of our We still require them to provide us with resources that comes along. Um we use them for the actual diagnostics just for K6 and we do not have any resources that we also use tool box on the inside but of course we don't have any tangible items. So we do have we do have access to >> which is teachers have access to that >> they can use it across multiple grades so they want
to scaff it but is there Um they still have resources here. >> Yes, it has a parent in there too. You can like print off any letters or anything that natur some parent but it's been a minute since I looked at it to see how it was actually used but but I >> because I think that would kind of be helpful parents to help generate. It's supposed to help generate their notifications where they can be sure where they need to get their children. Yes, sir. Number 20, approval of contract class. >> Any questions or concerns? Number 21, approval of Summit Elementary summer school staff. >> Any questions or concerns? >> Number 22, approval of a resolution to rename the McCome High School deal. >> Any questions or concerns? Next we have miscellaneous number 14 personal
health recommendations. Any questions? Next at that time we have whether or not going to close the termination on session. Can I have a motion to adjourn? Second. >> I have a motion and a second. All in favor? >> I oppose. >> I would like to invite everyone to attend our band concert and we also have a flag football game playoff game. Oh yes, this >> great job. Again.
