I pledge allegiance to the flag of the United States of Americ school board and trustees committee of board of trustees or committee subject to open meeting laws being recorded in accordance with section 2-2-01. on 2-3-202-3-203 2-3-214 MCA. All all members of the board, committee, staff, and public in attendance are advised of the public portions of the meeting will be recorded in both an audio and video format. Cameras and recording devices are placed throughout the meeting room to complete these recordings. Everyone in attendance is reminded to honor the basic rules of decorum during the meeting and guidance associated with providing public comment as stated in policy 1420F. The remaining meeting of those present consent to being recorded and displayed in the video in the footage that will be posted on the school district's website. Um, everybody
sign in. Good job. Uh public comment. All comments must be non-aggenda items and related to topics under the jurisdiction of all the district schools. The board of trustees is committed to transparency on agenda items, compliance with the law, respect for privacy, and serving the best interests of our students. That being said, Montana law guarantees both the public's right to know an individual's right to privacy. And the board must balance both because of the legal because of legal requirements. The board does not respond to public comment. Is there any public comment hearing? None. Consent agenda. >> Motion to approve the consent. >> Approve the consent agenda. >> A motion from Katie Brown. Do I have a second? >> Second from Angel. Is there any discussion? Any discussion? All those in favor say I. I >> all
the same sign motion. Motion carried. >> Hey, next classified decide to increase the years of service from 6 to 10 with the highest starting in September or September 11, sorry. uh asking for approval of the motion to approve it. Um move to approve theou as presented motion from angel. We have a second from Katie. Is there any discussion? Any discussion? All those in favor say I. >> I. All those opposed same sign. Motion carries. >> Next item is summer school stipen. The summer school stipen has not increased uh but been revisited since 2014. Uh we're asking for a 13 3179 styson 25. It's been 2500 since 2014. So I'm asking for the approval of the increase to our stipen for summer school. voting to approve the increase >> and the formula because what we want
to do is we want to base it on a formula from here on out that's tied to the um stars which is 11 times the QEP divided by 1309 hours which gives you an hourly rate and then we estimated um I met with the two teachers who were doing it this year and they estimated that it's about 100 hours. So that's where we So I would be good to approve the formula so that the summer school stipend is adjusted every year. >> We need a motion to approve the formula. >> Yes. Mhm. Motion a second from Angel. Is there any discussion? Any discussion? All those in favor say I. I. All those opposed I sign. Motion carries. Consent and stipen. Uh finance and personnel committee both review the concession position. Uh there it has been
removed from schedule B. uh personnel recommended the increase the stipen to 5,500 paid out of district funds and $1,000 tournament bonus for each tournament paid out of the concession fund. Uh this is also our opportunity to write down and produce uh each uh procedure sorry each year that would define the percent saved to concessions equipment the amount of seed money to carry over and what is done with the rem refund. So we're increasing stipen by,00 of that. >> What's the need? >> That's in the um union agreements. Okay. >> I'll just give you a visual. >> So um I have to apologize. I thought I'd included on here the um procedure for the concessions fund. So, the thought was to put um 5% to concessions equipment each year. So, there's another there's another fund that's
called concessions equipment in the activities fund and it um that's all right. And um and so that money is set aside, you know, to purchase new equipment or replace if something breaks to replace it and things like that. And then um Donna said that she felt like 7500 was enough seed money to carry over to the first you know for the first like start and then um the remaining funding would go into the athletics fund which because the only reason we have concessions is because of athletics. So, let's say for example that at the end of the year, everyone's paid out um the the concessions person has received their, you know, their um tournament stipend, their tournament bonus of $1,000. There was one tournament, there's $10,000 left. Um so, if we put 5% of that
into the concession savings, right? And then you do let's say 20,000 sorry 10,000 is going to be enough and 7500 into the seed money. Then what's left of that would go to the athletic fund. But the numbers are much bigger than that. Usually we're ending the year at in around the $40,000 range. So >> yeah, after all the expenses are paid. >> Yeah. >> Okay. So this is the one we negotiate with the last items. So this is the certified community stuff. Schedule A is the matrix that teachers are paying in the index, but schedule B is the coaches and other activities such as this. And so concessions is in negotiations this year. We need concessions to allow flexibility to make the palatable for some. >> Does the union have anything to add on that?
>> No. that it be removed from my question is then will that position be advertised and kind of advertise in the account first? >> It'll be advertised both inhouse and outside simultaneously. >> Yeah, >> we is it in our I thought it was in our CBA. >> It's not in your It's not in your CBA. It doesn't state that. It just states that all positions are supposed to be advertised for five days >> um for this. >> Yeah, we did. >> And I think I think Trinity is right. >> Okay. >> Overseas what? the activity secretary, which is Donna. >> No, Jake isn't involved with concessions. Under the new job description, the concessions person would um report to the superintendent and then and then of course the concessions manager, right? We hired that position. >>
Section 12.4 board of the certified DBA fulltime new or vacant positions. So, yeah, will be posted by the school district in house for a minimum of 5 days. Um, certified members of the district will have the opportunity to apply for the vacancies of new positions, including occurring during the summer break. Employees who meet or exceed the minimum qualifications for the position and who have positive evaluations will be granted an interview and given consideration. So no full scandal. >> Yeah. Okay. >> So >> I guess we thought that was teaching positions but it's any position. >> Well, I mean this been the certified, >> right? So if it's it's if they're covered under this union agreement and it's full-time position to me that would fall under >> right. So you >> you were correct in the
sense that it >> well in that sense but I guess yeah so let's discussion for another day. Yeah. Yeah. >> A motion to I mean it's kind of like a motion to approve the stipend and the um tournament bonus and also then the um proposed procedure for the concessions fund. So my only question is was there a job duties and responsibilities builds in order to come up with this um amount determination? >> So yes, both um the finance and personnel committee reviewed the job description. Is that what you're asking? >> Yeah. Is there like Well, we I didn't see a job description. So coming up with a like an amount to approve a payment I would have liked to have seen a job description. Why is it movies? I'm really unsure of this. >> So,
>> it's up. >> Yeah. >> Okay. That was my >> um so if I'm remembering correctly and I can go back and look at minutes, the finance committee did see the job description and then it went to um personnel. >> No, you guys don't remember that. Okay. So, I guess it was just personnel. >> Yeah, it was reviewed. So, it was re reviewed by all administrative staff and then it was sent to Rachel Mortonson and it was sent to um Darlene and it was sent to Deli. >> Okay. >> For all of those people to look at it and see if they agreed that that that the job description made sense and that um they that it covered everything that they felt like it should cover. so that it was clear as to what the
responsibilities were of this person. So >> the only thing finance has done regarding this is agree but otherwise >> okay >> we didn't necessarily come up the number or see a job description. Well, the number that from last year is 4,400. And we're asking that this um job now take complete control over coordinating with the clubs um both inhouse and outside in the community. So that's why the increase in stipen >> Yeah. So they're actually going to have full control over it. And if they're if they don't have anybody to work, they can hire someone to work >> and that money gets paid out of concessions. >> Thank you guys. >> Yeah. >> And then we also talked about how the tournament like having the tournament bonus because there's not a tournament every year. And
so Deli said, you know, I spend about x many hours. And and so then we talked about, well, at this rate, that's how much it would be. And so that's how we kind of came up with the $1,000. So if there's one tournament, it's $1,000. If there's two tournaments, it's $2,000. Yeah. >> So then my next question is, are we defining like um every football postseason game as a tournament? >> No. Okay. Yeah. >> Well, it's postseason. tournament or postseason. >> J's not a tournament, right? >> It's not a postseason. >> It's a postseason event. And so >> it's not a tournament. A tournament is >> clarifies that it's a postseason event, but it's not on their schedule, right? So it's not necessarily on their schedule. So we host first round, quarterfinal, semiinals, championship. I
mean, like we had a whole year where we we'll sit every single one. What does that mean for this position? >> It's not a tournament. >> No, I get what you're saying. >> Yeah, this is what she's saying. >> I do too. >> It's not, >> but it wasn't brought up. Nobody I mean, >> other people have worked through other people who looked at it have worked through those and nobody said that they felt like it should be extra. >> Yes. forward, but we'll say for econom playoffs be this group if it's available and then we'd have a new thing for that. >> So why tournaments then not postseason? >> Because tournaments are scheduled I guess and they're we know they're going to be happening and it's a it's like >> it's like 40 hours.
Yeah, >> that's like 40 hours of like guaranteed work for a tournament >> and it's multi days >> and the wrestling club they did like the separate wrestling did the rest of it. >> Yeah. >> Y >> that's what everyone agreed. Yeah. to approve the statement and propose procedure for consenting funds and material. Is there any discussion? Any discussion? All those in favor say I. I hold sign motion carries. math grade. >> We are updating our math grade. It's $45,000 for two years. It's uh pay eight paid for through eight uh with books for six through eight. Lamb has something for you there. And you'll be paid out of the 2027 bucks. It's we already paid for it, but it would be 78, but we definitely need something different. I've already talked to real about
it. I think it would benefit our students, their curriculum instead of like having those weird names in it. It's puts the kid in the problem. So like you and your friend are going to the park. So it makes them think about it like visualize it themselves. Um it also has a spiral review in it which is something that we were wanting so less language based and we did look at two other ones I think and they're all very language heavy >> like and it does have an online component too where it gives us the diagnostic and we can see the exact standards that the kids are missing. Yeah. So, let's look in the double room. >> Yeah, >> just looking at it. >> Looking at it, like if I I could have brought books, I
guess, tonight or something. Yeah. >> It looks like a lab book, you know? I mean, it's not like the writing was where there's lots of explanation, lots of writing. How did you get this? How else did you get this? I mean, um, what I was looking at or what I like is there's like a teacher part that you practice, then there's class practice, and then there's individual practice, and then if you need to, there's another like a book that comes where you could photocopy more pages for practice stuff. So, >> and you liked it? I like to me it looks like it's reminded me of when we went to school math books, you know, and you met the other elementary teachers too, right? Everyone said last Friday, third grade. >> Yes. Yeah. >> And we
had a black community did a presentation for us too long. Everybody that could it was on the >> on the 24th they did presentations. So everybody that got to see that and ask questions if they don't >> what did your K23 >> uh react they got on board I think like I asked everybody last Friday said that I don't want to react to you guys into it it's up to you guys if you want to wait till you have a principal totally get it and they all agree to do it. >> Yeah. And they preferred because I know we talked about going four through eight one year and then the next year >> just because of that we've already read stuff and actually our building prefers to go let's all at one time instead of
you know >> Yeah. >> which I like too. So then that way I'm not like just calling Rene, okay, what are you doing to figure this out? You know what I mean? We can all and then Marty said that they talked about if we purchase this they provide training where they so it would be nice to do all the staff training for the math instead of Mr. for May and I one year and then have to come back the following year to do the rest of the staff. So everybody's getting the same training at the same time and it's I think the lady said it's included in the stuff. Yeah. She also said that based off our school calendar >> there's like 64 lessons or something and then under what 60 days of school or
whatever 59 days. So they will adapt the curriculum to fit a part >> like to show what lessons you can combine this to this and this to this or you can cut this part out instead of because she did say that on our thing like it's not adapted to one word and she's like usually when you're introducing a lesson it's more talking about it connecting it to the culture like not really and if you can get rid of that and just kind of dive in to your lesson. >> Can I ask a question? Yeah. Does it build each year? Like it does. So, >> are all new teachers going to be on board to do it and not some of them say, "Well, I'm gonna do my own." >> I sure hope so. That's >>
I would sure hope so, too. If we're going to spend $22,000 a year. >> Exactly. >> That to administration. >> Say that again. It's conversation. the new admin like >> and I did email him first >> and he looked it up and said that it matches really good for us and that it looks like a good curricul I mean really like Marty and I talked about the only concern that was at the elementary is it's like a brand new like curriculum of like two years or three years old so it's not like it's a curriculum that's been around, you know, not like Mifflin or McGraill that we've heard about since the age of the dinosaurs, you know, it's like it is a >> it's from National. >> So, do you guys know of any other
schools who have adopted it? Have you talked to any of those? So, I looked, there isn't anybody like around us, but Miss Heisler, when she was at a golf tournament, was talking to the Bunnywood golf coach, and she said that they have SAS, which is one of the ones that we were looking at because it matched the high school, okay, curriculum, and they hate it because it's so language based. And then that HMH, which is uh from Saxon, it's part of the Saxon math. It's also level 30. So wasn't sex like they're seeing this language base yet. We're going to go back to something also in the possible and I know like all seeing is about Ira being sued for selling kids. Can we get some of our money back? Maybe we just say, "You
know what? We're done." >> Yeah. >> I shouldn't say waste. Education is not waste, but >> our students have not gained, >> right? So, so is that money worth one year of improvement we could be making? >> Yes. >> It's always so hard because we just you don't know but it makes I mean >> well we hope was a good program. >> Yeah. You make the best decision we can with the information you have in the moment. I mean things wasted. >> No. >> Do we have to commit to a set number of years with the new program? It gets significantly short. We should I feel like you have to I don't how many years you I feel you have to give it a few years. How long did they How long have you guys
had? >> Yeah. like right be I would say so >> no Tessa's never had okay >> because those kids that were my second graders they never finished because we had shut down in 2020 >> and your middle school is on board too >> yeah Miss Heisler is on because it has a textbook that's instead of a workbook which will also be a less expense. they'll just have their whole so we don't have to order books and but she really likes that and the fact that that's like spiral review so they can do it they can learn how to take notes in their notebook they can do their problems like how they will in high school but then they also have those review sheets so she does really like >> grade school though is all workbooks
so K through 12 is all workbooks consumables unfortunately I wish like even fifth grade could have been like one night sexually, right? So, and start taking home. So, my encouragement would be like to get feedback, right? Is there this new? Um, so then my last question is like new talking with high school math, you feel like the transition from this program to high school will be a lot easier is what? >> Yeah. So, sat in too of the presentation and he really liked it. And then there's also it has another program that goes with it. So like those kids that take algebra eighth grade, they could actually be in separate classes where they would have like an advanced math class for sixth and seventh grade that would prepare them better for algebra 8 for eighth
grade. So it has a lot of benefits and Nick liked the language because it matches up with his curriculum. So you have too that's great. Yeah. >> The online portion. Do the kids will the kids do any of it online? Any talk to the teacher, they can access an online portion. >> Yep. >> Yeah. We just haven't seen that part of it. I mean, >> yeah, >> I'm not going to lie. like the demo online part of it. I was just like, "Yeah." But she even said, "We're just sending you a demo once you purchase it. There's a lot more." >> Yeah. >> That you can do because like some of the primary concern was is is there like in part to project so that way the kids are watching on the board what you're
doing and matching their book kind of kind of like what we do with the I Ready. You know what I mean? I have the problem there. They have the problem there. So it matches. And the lady said once you purchase it, all of that counts. They just don't come back with the demo part. >> Yeah, >> but there isn't like a separate mind like there was with I read or you know the kids can >> which I think is good because it puts the teacher back in control of >> Yeah. And also if they have a bad test day then the teacher knows oh they already know that standard they don't need to do that. So I think it's a benefit that way and I do think it'll be less of like a crutch I
guess too for our kids being offered personally. >> Right. >> And like with the I read the kids figured it out. >> The worst they did on the I because your my path was based on your diagnostic. So the worst they did on diagnostic the easier their path lessons were. >> They're not dumb instead of trying to better themselves and get a challenge on it. You know, because that was one of the big things when we finally were like, "Oh, if they do well, then they're just my path can put those upper student." Well, they all figured it out. Well, this kid is counting by 10 and I'm multiplying three digits by three digits. What's wrong with you know? So, so if we approve this um it will start everybody starts this coming school year.
Yep. Okay. general fund. >> Um actually we're going to use um about 26,000 of our reap funds. >> Okay. >> For this initial startup and the balance will come out of um the general fund. >> And remind this >> uh REAp is title six money. So, it's federal grant and it's money that's kind of been disappearing for us, but we had um we had money that we hadn't pulled from REAp and I pulled all of that this year anticipating that we were we were going to find something and so yeah, >> here we are. Yep. >> And I think it's a great use of the funding. accept the new purpose for the two-year. >> I have a motion from Andel, second from Katie. Are there any discussion? >> Thank you again. >> Any discussion? All
those in favor say I. I. All those opposed. Motion carried. standing commander BS with that negotiating. >> Yeah, >> thank you unions. No, don't be sorry. Totally. Thank you. >> I wasn't meant to be mean. classified to approve tonight and certify we're just waiting on the limit. So that's fine. Yeah, we're pretty much done. that >> we have a lot of fun having lots of fun waiting nights late night meeting till 10:30 >> please join us >> but I wasn't at that meeting it was the M Street >> right >> Katie Marcus for you better give that report >> that we already knew so wasn't We got a preliminary one with with estimates cheddic at least a prelim preliminary. So right >> we still don't have the final product. Bottom line. Yeah. >> Basically from
what you told me they basically just went over what need fixed. >> Yeah. >> Well, but I think it was it was a lot more detailed though than than the the highlevel one that we had done. What was that in 2024? So this was very focused on the elementary school and um and went into a lot of depth on you know drainage code >> life expectancy >> you know all the things. So, >> so right >> now the route It's probably important to know that everyone who got sent home like the route paperwork, >> you know, I only say that because I got one. I was like, "Oh, this is neat." >> June 1st deadline. >> Yes. >> Right. >> So, have a student >> who student or students who needs to be on a
route, your paperwork is due to the >> central office by June 1st, >> right? >> Yeah. It might be a good idea on social media. >> Okay, I'll do that. You should do create a Google dot um as well. It's email out too. But yeah, did very good on >> Well, well, I need to do that though because you guys still haven't looked at it. >> Uhuh. >> Okay. >> I guarantee it says draft. >> I'll put a link then I can put the link on social media. Yeah. Oh, okay. Because Melissa said she'd put them out. >> There's still there's still time, >> right? I mean, it's June. Even if you sent it on May 21st, it's not due till June 1st. So, >> you still have one family. >> No. And I don't
I don't care if I get duplicates. I'll find them. >> Student or student? >> Yeah. On one. >> I put all three of my kids on one. >> Yeah. Put it on. >> If you get duplicate forms, just put it on one. But the whole I mean, it's just we're trying to get the forms into people's hands, you know, as many forms as possible because who move to the know they could be on a route and they're missing. Yeah. Yeah. Or >> none of us. >> Yeah. So, the there's minutes. Um, there's some things that are being brought to the um Oh, here's the procedure that I missed. It's in the concessions notes. So, in the personnel committee notes. So, I'm I'm so sorry for that. Um, so there's a lot a lot of these
things are being brought to the agenda today, which is the per music performance accompanist, uh, the concessions, summer grounds, um, and summer grounds maintenance. And then we reviewed exit interviews. So, we're still sending exit interviews to whoever's, you know, resigning and look at their feedback. Yes. Exiting. Thank you. Ma Middle School. >> So we had one grade two and we have another one tomorrow sports class. Um May 18th there's a great parent that's 6:30 in the cafeteria and then May 20th at 11:45 to whenever lunch um 8th grade lunchon so all of you guys are invited so if you can make it let Mrs. And I think you got you should have gotten in the med um and at 2 p.m. is the eighth grade cervation and then um Jay Simon is finally going to
redo the middle school thing. really excited. >> Um, we also had a middle school concert and it was really great. Mrs. M. Um, but I'm glad that Mrs. Matthew made it. She did so great. I'm so proud of her. She did really good. Um the core three award was Anna Le and then the student of the month was Anna Brown. Both Annas and I just want to tell you Ann >> Wrong Katie. Nice try. >> He's leaving me out. Well, um, Evan put a report on the table and, um, Mr. Norby emailed a report. So if you guys have both of those new equipment, all that stuff today because we've taken comment box. So maybe a couple hours. So we also um 16 new window ups again placing the selected staff to get one in
June. and some of the battery back up in the newest closet here in the central closet uh for our home and who was assistant high school middle school uh a month or two ago there was brown that fusel had order fuses in and the clocks been working like a week or two and I was like why isn't that thing on the battery backup to begin with and so we ordered battery backup and now it's both systems are on it and in case there is a power outage those systems will still work so extra layer of protection. Uh most power cameras I still have to contact Spencer Electric for that. I had all that stuff set up and ready. Uh just need to find time to get them out there to install it. Pretty hectic. So
there's not the cameras will be baseline for the beginning of the next year. uh old uh old gym camera system. Uh when we when I did that closet conversion uh some of the cabling for those cameras stopped working and uh needing to figure out where the the DVR boxes for the cameras aren't getting old so I can move it. Once I get that moved, try to get those cameras working again. uh a new uh shared peers in the elementary teachers lounge because of the open enrollment and the benefits online portal deal some staff that don't have access to computer they uh use that to get the teacher working with elementary. So, uh, then after all that, there's other network improvements we plan on doing. Redoing the network rack in the wood shop classroom. That hasn't
been done yet. I'm still working on trying to replace our main firewall, which has been very difficult because some of the stuff may not communicate on the new firewall. So, I'm having to keep the old one in place for now, but slowly progressing on that. Um, and yeah, I suck. >> Go ahead. We'll give you the green. This is not in the packet, correct? >> It was emailed separately this afternoon. >> Good evening. See the light at the end of the tunnel coming up on the end of this evening for all of our athletics track districts right around the corner that got moved to Fair View. They're coming to Fairview due to Old Points track not being completed in time. Um, It's not where I would have liked districts to be, but that is where
the rest of the district voted on having it. Um, so that's where we uh overall though excited for it. Division was supposed to be at Wolf Point that got moved with the glass though. So now we know where our districts and divisionals are at. We have a lot of competitive track kids that are doing really great this year, breaking records left behind. It's been very fun. Our coaches are doing a great job. Kids are doing a great job. um state will be May 28th through the 30th down at Missoula. Um another thing I believe I've talked about this I know I put it in my reports at least. Um that's just to keep in mind um that there has been expensive track facility upgrades needed that has been neglected um and pushed to the back
for a long long time. I've received some quotes for how much Some of these purchases would be such as um new pall system is around $25,000. The long jump runways is about $29,000 and the uh the high jump landing or sorry jumping pad I guess you could call it. I don't know. I haven't received a quote for that, but I could imagine it's probably somewhere between 15 and $20,000, too. So, these are all things that um desperately need upgraded. They've been we've needed them upgraded for a long time. It's been something that our coaches have talked about. It's been on my radar. It's just something that we do not have the funds. Um however, we are making do without. Uh we will continue making do with till uh we receive the necessary funding um to
make that a reality. >> J skip on to golf. I want to ask a question. >> Okay. Um that's pretty much it. We've been strong participation numbers. Uh everybody's doing a great job. Excited for staying. So yeah. >> Okay. Um, so what is other than our track being a dirt track? Is it like the size? Is it aware that it's the wrong size as well? >> It's definitely probably the wrong shape. I mean, I know it's an oval, but I don't think it's a perfect oval. >> Yeah. On the east side, like if it rains too much, that whole east end is like >> Yeah. So it's just >> legit >> down here as well. I don't think it's actually >> So yeah, it's just we're also kind of by the area that it's in
>> with the city block the way it is, I guess, and the measurements that they took however long ago they built that draft. >> Yeah, it goes back to like the King and Shai days. Like they looked into this, I think, pretty intensively. Yes. And without like basically taking another city block, you can't do anything with that track. You have to buy another city block to do good. >> Extend a journal into oneway. >> Well, that's what I was wondering. What about sending away one side? >> But if you narrow everything on all sides, you have the city's approval back >> probably possible but the down point is probably easier to build a new track some build a new track >> maybe maybe it's easier >> thank you for Yep. Uh golf. So we had
divisionals Monday and Tuesday. Um golf seasoning like it has it's gone very great. Coach Renee, coach Kelly, they've done a great job all season long. Our golfers just improve. We've been improving week after week. Uh we had a very tough stick at the big most did not cooperate on Monday. We had about 40 mph winds. um had some things that really didn't go our way. Our boys ended up taking fourth by I think four or five strokes. We only take the top three teams. Um so we are not we were not able to qualify a golf team uh to state which is a major bummer because I think we won almost every tournament that we've been all year long. Uh we still did have individuals that qualified for state. Crew Styles took 11th. Rean Stewart
Casner Ox are tied for 19. So they will go down to Billings uh for state golf at the Lake Hills golf course. The girls fifth as a team. I think they were out of third place by probably maybe I know what eight strokes or so. So also ranked there on the edge. Uh we had two individual places. Kevin Bishop took fifth and Jada Wise took 11th. They're tied for 11th. Um so those five golfers Tanner Renee and myself are going to be headed down. I'll head on down Monday next week and golf for a practice round with the golf state golf is Tuesday at Wednesday. So, I look forward between uh keeping you guys posted on that. But overall, it's been a great golf season. A little bit of a let down at the end,
but there's still some unfinished business and some of those guys and girls are pretty motivated. I think school track uh it's just been a good year so far. The participation numbers are extremely strong. um our eighth grade sorry our boys and girls were to first place that districts districts was funded forward a week why I think I think it was mainly GO didn't want to have to do backtoback weekend of you know a district meet so they decided to swap it forward that allowed for us to go to Hav this weekend uh which is kind of weird to have a track meet after your district um but it's still a competition that they get to go too. Uh, like I said, participation numbers have been great. We've been taking an entire bus plus a van
full of kids, which we were able to go away that all season long without having to get two buses with our bus driver shortage. So, it was cool to see that work out for them. So, our coaches have done a great job with that program as well. Tomorrow we have the mold bath other club awards banquet ceremony at dinner starts at 6 pm uh with the awards starting at seven in the auditorium that's for all coines players um and parents the dinner's not for parents but the dinner's for coaches and players uh there will be auditorium sports the public and I look forward to that there's a lot of work that goes into that uh we'll be giving out over awards. We have over 120 letter winners. So, it's a great time to just be
able to recognize the our students, our coaches, um really our our families for all the dedication and everything that goes into the activities. It's long know Kyle's ready for that. >> Excited, >> but it's a good thing. I look forward to it every single year. So, I got summer meetings coming up in June. As for all class B ads, that is in big sky. Um it's going to be um you know a lot of the same as as the winter meetings, a lot of talk at the state level, the divisional level, the district level, breaking out with different groups. Um kind of just talking about problems coming our way, rule changes, things that we need to uh changes that we need to make. Um, so look forward to representing you guys and this entire school
community down there. And lastly, I just bring up the budget as I as I thought I' brought up our track issues, but in general, um, I've kind of just I've spent some time and I've taken pretty deep dive. I would consider very deep dive. Um, I've gone back multiple four years, kind of looked at what the district has provided for reimbursement. talked to Kyle and Angel about kind of where where we're at, what we spent, what we brought in as a gate, uh what we spent on officials. And I mean, really to make a long story short, um we are we are not living in the green is probably a way to say it. Um we still have reserves. I don't know how much longer that we can run in red without depleting our reserves.
Um and so my opinion, um I think that that should weigh in pretty heavy with the with the board. Uh I don't think that we have any extra spending. I've I've talked to Heather and I know that we're increasing the budget. Um it was at 825 this year. Um, I know that it's hopefully it's getting increased, but from what I've looked at, the numbers that I've ran of how much we brought or we ate, what we charge for activity, tickets, what we spent on officials, what we spend on hotel rooms, lodging, meals, etc., uniforms. Um, I come out to if my I think that we would be okay. um and we would be pretty much flowing right even and depending your year on our dates obviously, but if it was at around $100,000. So, um
I just asked for consideration um for that to be something that that you guys consider because like I said, there's some big purchases coming up and that's not even considering those things. That's just to say stay with our heads above the water. When you say big purchases coming of those be coming out of this budget, is that what you're saying? >> Um, well, it's got to come from somewhere. I mean, it could come from the internal account or from the district account, but um >> what what what expenses you're talking about? I'm trying to acquire property. >> Yeah, expenses as far as like what big expenses are coming. >> Well, you were just referring to >> Yep. Yeah. So over, you know, probably close to $70,000 in track um that track equipment that needs updated
or else the facility that needs upgraded. Um we have issues with football field as far as you know underneath the crow's nest. We have rubber mats that is actually is a safety hazard for our kids when they go out of bounds on that sideline. Uh that rubber in the cold and or the rain turns completely slick. you might as well be a rank rank over there. It's only a matter of time before somebody gets hurt. Working with the athletic club to see if they can do something about that. Um, you know, everything else is just increasing as far as, you know, a year after year we're getting things are more expensive. So, I guess besides those, I I can't foresee any major purchases. Um, we just made a we had the rest of that purchase.
Um, that didn't really help though. like I would like to see us get some of that back and I know that I asked for support on that and I ended up being bought out of internal athletic accounts. It's still something that's hurt us moving forward as far as our reserves. I don't know how much more this account before we having to um make cuts. talk about overnight rooms that uh sorry getting rid of overnight trips um you know not sending the ban you know to first state which is something I know that I talk to you guys about I do not want to happen um that's just an example I'm not saying that's going to happen you know talk about you know letting our equipment go worse right paying for new equipment so that we
get it in but that ultimately leads to a bigger issue there more neglect towards our equipment which will just either be more expensive in the future or eventually just lead to um safety risks or lack of that sport really even being able to function properly. >> This is not a budget. This is just a report. >> Exactly. >> Okay. >> Yeah. It's I mean I don't know when you guys finalize the budget. Just ask you guys to take that into consideration. Any other questions? >> When the tournaments do make money, does that go to the athletic fund or does that go into like the general fund? Do you know? It's like HSA just put out that huge thing of like tournaments when tournaments make money that that giving back out amongst the schools that participate.
>> Okay. I just it's great for the community. It's not necessarily very paid. >> No, I didn't like what it said, you know, like this government makes as much money if that money goes to the school or do you guys have to give it back out? >> And it doesn't go into the general fund ever, Terry. It always stays It always stays in the athletic fund. It doesn't go into the general fund. >> So, that money doesn't come. >> Yeah. >> Um Okay. So you guys have my report in front of you. The only big thing, one big thing I wanted to point out to you in the graph, you know, there's it looks like uh year-over-year that we uh spent a lot in April that we hadn't spent last year. The big driver of
that is the expense for the gym floor restoration, which is a insurance expense. Um I'm going to be using our business fund um for both of those insurance jobs. So, we have the gym floor restoration and the um repairs to the roof from the wind damage in December. So, those are going to be running through the building fund so that they're not hitting our building reserve or our general fund because the insurance sends money as we pay the bills. So, it's an in andout. I had a conversation with um Lorraine and Ann about it and they were fine with us using it that way. So, um, but that's what that big driver of that variance is. The other, if we had take, if you take that out, um, we're actually right in line with what
we spent last year in April. So, and I don't anticipate the big jump in May that we saw last year. So, uh, we'll see how it plays out, but we we haven't been, um, doing a whole lot of spending in the month of May, aside from annual memberships and things like that that we have to that we have to pay this month. >> Leave pay out happens in June, actually. Yeah. Um, so I am working with Shane Anderson on an online auction for obsolete items and we're going to run that auction in July. We've decided. So, uh, we do have some things to obsolete today and some, maybe not all of those things will be in the online auction and um, we'll work with the superintendent to decide how we're going to, you know, get
rid of those things since they've been obsoleted. But certainly we'll put the um 2012 traverse and the tool cat and um some shop tools that we're I'm asking you guys to obsolete tonight in that online auction. Um we're doing open enrollment now. Friday is the last day. Um we've had some hiccups with Bridged and um Alliant talking to each other and so we had a meeting last week and and got that all worked out. So, I think we're we're fine um going forward with that. So, we have a plan. Um we are now done with all the paperwork for Montana medical billing. So, we should be set to go. They'll do all their work on their side, you know, to get everything um set up and um but it looks like we're we're we're ready
to go for fiscal year 27 to build a Medicaid for some of our services. So, that's going to be a big help. and the years of service um awards have been ordered and I'll be putting those together to give them to staff on the last day of school. So, their names will be read at graduation and then the actual gifts will be given on the last day of school. So, as far as uh budget, we're we're right on track. Um we're 83% 10 months in is our target and general fund is at 82%. So we're um nothing really there to raise a concern. Our balances um in our accounts food is at a negative right now. We've been kind of running a negative there for the last three months. Um we do have our health
insurance costs for our staff has been going to the food fund. So I can recode those expenses to the general fund where I do have money reserved for it. So that's probably what I'll end up having to do. You guys have any questions? >> May of course is tax month. So we'll get our big our second big um influx of revenue this month. And the I see this official results. >> Yeah, the unofficial results are in and so the levy did pass and um James Barnard and Julie McFaden were elected and Lenel will be at our special meeting on the 21st with the canvas for us to complete all of our steps to get those two seated. Can't do it now. >> Elementary has been experiencing from airlock. I have talked to Heartland Mechanical who
has to locate a new plumber who the plumber did the original work is no longer in is working. So their company is gone or whatever. Um so they're um actively looking for another one. Uh the elementary hot water heater will be done over the summer uh just because of the interruption that would cause school day. Uh there's a high school plug uh at the high school here. The drain or the grease trap has has caused um a plug in that drain. So that's going to be worked on over the summer cuz I'm guessing it hasn't been it's a above the ground grease trap and it hasn't been monkeyed with many years. So, it's going to be a job. Uh, let's see. Elementary school library heater. It's a separate heating uh furnace in the library. Um,
that went out on us here a little bit and they have worked on it on Monday and actually had to order a new board for it. Uh, we do have an AI policy that I'm asking that we get on the agenda for June to at least get the first reading in. Uh, I've also lined up some boiler training for our two custodians and our head of maintenance when he gets on the job. That happens in August uh 4th through the 6th. Uh, let's see. Music interviews happened this week. We have uh not heard about from the candidates just yet. Um, I did speak with Mckinstry Mark Douglas um who's kind of the chief engineer if you will. Uh, he had some follow-up questions. um you know as far as things that we would replace or
remodel or you know just some general questions about you know like tile are we going to replace that or or or just fill in. So we we answered a few of those questions. We got a preliminary like I said earlier we have a preliminary uh numbers um but we don't have the final yet. So we just need to kind of wait until we get that. Uh then we've got some elementary school happenings. Uh we had 51 students compete in this year's science fair. Uh the winners, uh first place was Andy French, second Ella Brown, um third is Cody French, fourth Emma Soulberg, fifth Lucy Sal uh Salvon, and second grade had the most participation. And everyone enjoyed the pizza party on Monday. Um, family safety night was a success. Yes. >> Thank you to Trinity
and 16 booths. Over 100 people attended. Dial screening happened on April 24th uh with approximately 40 participants, 40 students were screened. Um, kindergarten roundup uh was on the 29th uh approximately 35 um students in that. And we wrapped up the year with these up. So the wrapup year or the wrapped up events coming here are May 12th, third grade uh goes to East Mount Colony. 13th, Mrs. Rumble uh goes to the junior high tour. The 14th, Mrs. Blunt comes to the high school for the uh tour. First grade has their train trip. Uh the senior walk is at 10:45 and the second grade has their dinosaur open house. Uh May 18th, fifth grade goes bowling. Fourth grade uh field. Where's fourth grade going? >> We're going to fourth. >> I just I it didn't say
it just says field trip. So um and then fifth grade parent meeting on the 19th track and field in the afternoon. The 20th is the >> on says afternoon. >> Sorry. what o'clock is. >> Okay. >> Um May 20th is the AR assembly. K3 uh is at 8:15 8:45. Mom room is at 8:45. Uh the AR assembly is for fourth and fifth grade is at 9:00 and the bug assembly is at 3:15. though. Anything that I missed? Yes. >> Don't think so. >> We're just running. >> All right, that's all I got for you. Thanks. >> And item ago resignation. >> All right. So, so oil resigned. Um, so we're going to have to appoint replacement at the next regular uh election or next regular meeting. Correct. >> Yeah. Until the next >> until the
next until the next uh the election will go will be for the remaining year of the term which will uh which time will be in which time it will come up in the following election for a full three-year term. We have to request letters of interest for two weeks and then can appoint a replacement from those letters of interest. >> Okay, wait a second. Point of clarification. She still had two years left on her term. So, it's supposed to be two one year terms. >> Yes, it's an appointment for one year and an election for one year >> and then and then a three-year term. >> Yeah. What? >> No. Right. They would have to get elected the second for the second year. Yeah. It's >> saying is it's not >> No. And it's I
don't understand why the state of Montana does it this way. It's very convoluted. Just feels like we should be able to appoint someone to finish out her term, but unfortunately that's not the law. So >> yeah. So >> Lauren following isolation status. >> Well, we we have we have to accept >> Yeah. Sorry. >> We have to accept her resignation and um we have >> I don't think Yeah. is >> motion from Angel. Do I have a second? Second from me. >> Any discussion? Any discussion? All those in favor say I. >> Okay. So, I'm >> I'll post this notice in the paper is how is what we'll do. letters of intent. >> Letters of interest. Yes. Yes. Yes. Yes. >> Yes. You can, but you don't have to. We can choose not to. >>
Nope. You're not required to. Is that >> what it will be? >> Oh, sorry. >> Oh, well, it would be at a you mean we >> choosing the person with is a public knowledge of all of the people who sent in a letter of interest is what you're what you're asking. >> Yeah. >> Um yeah, because that would be on the agenda item. >> Yeah. the district office. It's not an election. >> Yeah. >> Yep. So, the instructions are there's a um a notice that we'll post in the newspaper that tells people what to do >> the exact process. >> Yeah. >> The or the position. >> Sure. vacancy though. >> I'll put it on social media and it'll also be on the website. >> Okay. Sorry. >> All right. Next is Laurian Colony isolation
status. Uh we do this every year. >> No, we don't. Every three years. >> Every year. Sorry. Sorry. >> Okay. So, I'm just looking for us to approve the Lauren College solution. >> Okay. explain what approving the status when you're saying that we're just proving the status. >> It's no, we're we're approving that we are going to apply for isolation status for the Luring Colony School with the state with OPI. >> Okay. >> Yeah. >> This is not >> No, no. >> Okay. >> That'll be in June. >> Yeah. That's my thoughts. >> Yeah. >> Okay. >> I move that we apply for isolation status. >> The motion from Angel. Got a second. >> Second from Katie. Is there any discussion? Any discussion? All those in favor say I. >> I. Same sign. Carries. Confirm.
Chris contract >> finance committee negotiated with Mr. aren't and presenting. Yeah, I hope we're not already. Okay. I just I motion second from Angel. Is there any discussion? >> Any discussion? >> All in favor say I stand carries 256 contracts. All right. Custodian Kelly, maintenance manager is Matt Roberts. Spending background check. Uh Jacqueline Harms will be high school secretary. Summergrounds maintenance will be Nick Oxart. This is an independent contract. It's a new contract by the way. Music assistant Nancy Murdoch. It's an independent contract again and it is new. And then accompaniest Jenny Oxart is also an independent contract. Um budgeting uh concern to grounds is 5500. Music assistance is $5,000 and the company is $85 performance. I'm asking you to approve those payers. >> So, what was new, right? The accommodus, but it's never been
formalized. >> Yeah. >> Okay. >> And then, um, NY's new, of course, but she was instrumental in the success of the >> She is basically Yeah. Yeah. So, >> five years. >> So, this is formalizing. >> Yeah. >> And summer grounds, we've done it in the past. The last couple of years, our maintenance people have done it, but we've ended up paying overtime so that they could get it done. And it also really cut into like all their maintenance projects that what they're supposed to be concentrating on during the summer. >> And so they feel like this is a better use of funds. >> Yeah. And um Kyle, I think or I feel like you talked about bringing Matt Roberts on on a contingent contract pending his background check since it's such a critical position.
And um >> and we would start him on Monday without the background results. But you remember we changed our policy. We updated our policy saying that we could do that as long as they didn't have unsupervised contact with kids. And this position would not have unsupervised contact with kids. >> I would accept the 516 >> motion from second. Katie, is there any discussion? >> Um, can you guys can Sorry, can you clarify though about Matt because that's important to say. Yeah. Yeah. So we accept 2526 and then the clarification start Monday even though check is still >> I have a motion from second. Is there any discussion? Any discussion? All those in favor say I. >> I. All those opposed playing sign carries 26 27 contract. >> Speech pathology is occupational therapy. Psychologist Ivon Garfield
high schools Benfield teacher Glen Garfield. Um high school math teacher Carly Hammond. You'll notice those two are pending background. Sorry. And then Laurian College teacher Annalin Carlos Basilio is spending J1 visa approval and background check. Uh pair of professional Jessica Zer and Egenuity contract is on there. We do not have anything for high school social studies teacher or band teacher just Nothing changed with the egeneuity contract. >> No, >> we just don't know how much the contract how much it will cost us until we until kids >> Yeah. >> Uh enroll. Yeah. >> Yeah. But the cost per unit or whatever did not change. Motion from Katie. Do we have a second? >> Second from Angel. Any discussion? >> Second. Those in favor say I fine. carries superintendent. >> I said transportation uh rep would
be the super I'm the rep. So I would recommend you have >> I move we assign Mr. McQueen who's our district to start transportation. >> The motion from Angel second. >> Second K. There any discussion? Any discussion? All those in favor say I. >> I. >> All I same sign. Motion carries. This the year 27 golden triangle. uh we've always been part of the building triangle and quickly it's the office. So this is something that we we do every year. I'm asking for you to again approve that participation. >> Y'all still like it? >> Yeah. >> Makes our classes a lot cheaper to take but it's like $60 loss of cost. Thank >> make a motion to approve that we continue with the gold sh >> second manual any discussion all those in favor raise
your right like Simon says. Now, >> all those in favor say I obsolete property resolution. We're recommending the there's a variety of woodworkingly tools in the shop found that too. It's leaked. Also, uh 2017 Chevy Transc route bus and the 1998 Bluebird bus are >> um I'm I have to apologize. There was some last minute ads and that was on your desk um that were technology ads. um from Evan to also be obsoleted. So uh 50 Lenovo and 42 Chromebooks, 10 Dell desktop computers and eight Dell and HP laptops >> June. I mean in theory we can obsate at any time because we're doing >> Yeah. >> Yes. Okay. I thought I second things that was lost of that. Any discussion? >> Things like the old laptops that you're selling. >> Then can I mean
like I'm supposed to be on the list to get the new computer set up? So my laptop that I use from the school is one that the um Mustang Foundation bought for all the teachers in the back during CO. So if we're going to sell these, can I have the opportunity to buy my Chromebook that I or my not my Chromebook, my laptop that I use all the time? >> When the time comes that we obsolete it, I would say yes. I don't know foundation is actually aware though that those are being deleted and taken from the teachers because it was the point was for us to be able to have those to take home and use and that type of thing and so I'm not sure that no is actually like >> they don't
own an engine though >> they're school property >> they are school property >> so my question is why can we not have them still I guess are you getting new ones that's the whole purpose >> they're getting the new um docking setup Um, >> so a new laptop, they're getting a new laptop. >> Yeah, >> but that laptop, so I'm just going to give throw this out. So I was home sick and I had my laptop at home. He'd still have to go in and, you know, take it and set it up. It's kind of the same type of situation where we had we still had our laptop at home, then our school computer stays there. It's the same. So we're not replacing their laptops they're able to take home. We're not replacing those. Yeah,
if I get to new setup, I have to bring my lap my laptop. It's basically back down to one computer, >> right? Which I can understand as far as cost goes for school. But if if if we're not replacing those, can they still keep them? >> They can buy them back and cycle. >> Yes. >> So, do I have to turn it in to buy it back or can I just can I just buy it back and just keep it at home instead of me >> be removed off? Yeah, it's so it has to it has to be like wiped. >> So like all of my stuff that I have saved on my laptop like it still >> so like even all of my other stuff that I have on it like >> I see
this I could back up the stuff for you and wipe it and put stuff back on. >> Okay, >> but it still has to be done that way. >> Okay. I was just one idiom because like when they bought them they said you guys can use this. So like though I'm not like my kids when they come home at night like Tre does his homework on it. We have he has something sage or I'm not going to lie. I my kids have their thank you notes for like their 4 stuff on there like you know. So I just figured some 4 books. >> There's no I'm not going to like all your stuff you know. >> Okay. That's what I was like >> that there there's something there's something that has to be done to
the computer to get it off of the domain. >> Okay. >> Because uh that therefore the computer need be under your administration. >> Okay. >> Or everything. So that's I something has to be done to >> right. So I can just bring it into you and like you could give me the exact same one back that I have right now. >> Okay. It has to change from being a school computer to being a person. It has to go through that transition phase. >> My question is though, so right now it's on like me for instance, right now it's on school domain. >> I have that and I have my computer at school. So I've got two on the school domain. >> So I I guess I don't understand. >> And we're trying to consolidate down
to one correct one computer. >> So I guess I'm I'm kind of seeing what they're saying. If if we don't intend on buying them new ones that they're taking home and these are just ones that they're still using, we're not out anything if we keep allowing them to just keep using until they >> But they need to come off of the schools. No information. >> I know. >> Okay. >> But what I'm saying is why is it why do why do we even have to obsolete them? Why can't they just keep doing what they're doing still? >> Because it has to go through the whole process because it has because it has to be turned from a school property to a property as a personal property, >> right? Why can't you have two computers? >>
Right? That's what I'm saying. Why do we even have Why can't they just update them? >> I'll just keep they just keep using them as their teacher laptop >> because eventually they're not going to have a very good computer. >> Yeah. >> So that what they're saying is they want to keep their computer. They can purchase those computers. The district is responsible to make sure that people have a computer, >> not to manage to computing that >> they can purchase that. >> Yeah. So they can still have them. >> Okay. I just don't see that letting them just the school still own and letting them use them. Why do we have to? >> I think mostly because we would h we would be responsible for continuing to update software, continuing to maintain them, >> continuing
to put new windows, you know, running systems on them. Though if it's a district asset, then those things are still our responsibility to do. And so one of >> So that's I think that's probably the major thing. and they're they're getting older and so we can't keep up you it won't take up dates anymore or upgrades anymore and so then they become a security risk to us >> honestly I feel like we'd probably give them to you know >> that isolated >> can be disposed of in any way yeah >> thank you for that explan from the school for adults. >> For what it's worth, if it's you guys are concerned, Deon, did my computer have thousands of files that could not risk losing? And I haven't had any issue finding many files and new
setup that he's got has been something that's really helpful for me. my setup that he did recently did works very well in my room. >> Yeah. >> But he's No, he he took a different but I'm able to take my laptop that he replaced it with and take it. >> Yeah. I mean, having the laptop setup doesn't prevent you from taking the laptop home and bringing it back each day. >> It's just like if we're sick and like we have it home and still, >> right? I think Evan has a plan for that though that we were going to have subcomputers. Is that not the case? >> Oh. borrow a laptop to take the long while you're apply. >> But that would be vacation. But if you're sick, that's not going to help you. >>
Obviously, there's still some kinks to work out. >> Yeah, we still need to talk through things. >> We We're done. Y'all voted. >> Yeah, >> that was discussion. You need to vote. >> Yes. >> Okay. >> Calendar. >> All right. So, the calendar that we sent you was the incorrect calendar. >> Good. >> But so, so all we're doing is changing uh the April 23rd uh will no longer be a teacher day. It will be an EIR day and then the last day the very last part of the day will be a teacher work day. So it just and that is a requirement by the state. So we had to make sure we missed that something to approve and revised. >> Make a motion to approve the Katy. Do I have a second? >> Second
remaining. Is there any discussion? Any discussion? All those in favor say I. I. Adam. >> So, uh, this was a >> Thank you very much. >> Yeah, this was a request from the, um, personnel committee to kind of do a dive into, um, an absence and substitute, uh, software. And I do have on here also a time clock interface um that that we're wanting to do which would be essentially taking a flat file from our current time clock and putting it directly into Tyler. Um what happens now is that Jana pulls the time sheets off the time clock. She gives them to the people for them to sign off on and then she manually adds it all together and calculates everything and then inputs it into Tyler. And so there's just a lot of opportunity
for error and um this way it's it's a full digital process. Yeah. Where it takes it digitally from the time clock, it puts it into Tyler. people would be able to approve their um time cards through Tyler and um and then Jan's not entering anything. She's just going through and double-checking stuff. So um so that's the time clock interface, but the absence and substitute management um at first blush the the bolt-ons you're like, "Yeah, but then you get Tyler." So Tyler nails us for using an outside service essentially. And um so they tack on a um $2,842 like charge for us to use an outside service like Red Rover or Frontline, which are two of the major ones that are being used here in the state of Montana. just >> Tyler has one as well
which is the first column and it is it's significantly cheaper um and then it's also uh cheaper each year afterwards. Uh, so there's that becau. And the reason is is because you're always going to have to tack on that $2,842 onto whatever Red Rover charges you for their software. Tyler's going to charge you 28.42. So it essentially doubles the cost of any outside software. So if we're going to do it, we're kind of having to from a financial standpoint. Now, the really thing that's really frustrating to me is that the um implementation timeline with Tyler is like times seven of all of the others. So, I could have Red Rover implemented. Now, this is what they say, right? In two to four weeks. Now, that's just their side though. Then I have to go and
do the implementation with Tyler. Um and then this front line says 8 to 12 weeks. Tyler's full im implementation right now they're saying three to six months. So that means that I probably am not we probably wouldn't be able to have a sub absence software ready to roll at the beginning of the year. It's probably going to be more like December. >> So the middle of the year. >> Yes. Um, so that this is this is where we are now. Right now, between the two combined stipens, we're paying $3,000 a year, which after all the startup costs is about what Tyler charges for their absence substitute management uh, piece, portal, whatever. They're all pretty much the same. There's no major differences. They all kind of have the same bells and whistles. They all kind of
do the same thing, which is essentially what it is. Is the teachers go in, they enter their absences into the portal, um, and then it goes out to the all of the substitute list. The substitutes also make a profile on the portal. They can make a profile on the portal, but they can also receive um just phone calls if that's what their preference is and they can interface through the phone call and say yes for one. Yes, I want to take it. Press one, two. Yeah. So, it's a robocall. It's a robocall. Um >> does it have to be approved by admin and the teachers put it? >> So, no. So the way that it work, you can make all of you can permissions and approvals and all that stuff are all things that you
scaffold and that you build for yourself. So so it's um customized essentially. >> Um so what I talked with each one of them about was that we would want it to go out to the subs without it being approved by administration. It gets approved by administration after a sub has taken the job. Um, and then of course administration has lots of rights to move subs around and do this and that and the other thing. Um, and then you we would still need someone to kind of be overseeing this software. That's not going to be me. >> Um, overseeing this software and like last minute substitutes, um, morning of things like that or I've got I'm sick. I've got to go home >> and I need a sub, you know, in the middle of the day.
>> Well, I don't think we necessarily will have to pay a stipent. Yeah. I think it can be just their job, part of their job. >> How long do you have to sign to do this? >> It's there. So, it's a yearbyear. There's no Well, I should say Frontline wanted a four-year contract and I'm not doing that. >> And there's my time block with this. I'm like my thing is like anything. >> So this absence substitute absence substitute software has been around for like 20 years since I was a substitute teacher. >> So it's not new. It's just new to us. And rather than somebody calling me every day, >> I could sign up for as much work as I wanted for, you know, two months for every opening that was. So it almost allowed
me to work like full-time as a sub for for the district. Um, I thought it was really awesome as somebody that was a sub at that time. And I think the other thing it does is it takes away this question of are all the subs being contacted >> because now the substitutes just take whatever days they want. Um and they get to in their profile they get to say I don't like high school. I won't teach high school. And so then they won't get they won't get requests that come from high school teachers, you know, and things like that. So >> you said that the admin can move subs around though. >> So what if an administrator you know puts a sub oh no you are going to the elementary school but they said no
>> that's not so they won't do that but I'm it's more like say for example um one of you had a sub set up and you have a vacation day and then someone else calls in sick. I'm I'm so sick. I'm not going to make it. The administrator can say, I'm going to go ahead and move the known sub, right? I'm going to move them to that room and we're going to go try and get a sub for the person who's on vacation. Or maybe I'll go work in that room for a couple of hours while we try and get a sub for the person who's on vacation. But the person who's sick, it I mean, that's a tougher sub to go and find, right? So, I don't know. And then there's I don't know
what other honestly I don't know what other circumstances you would move subs around. >> Um for example, if um two teachers both have subs for the same day and one max out but the person who backs out like the sub max out um that person backed out at four. How would this go? the for someone who put in their leave later earlier help me out. So then you might move it this requested first. >> Yeah, those are example but we need some amount of flexibility to do what's best in the interest of the students. >> Yeah. And I think more than anything, it's more about putting your putting time off in ahead of time, >> right? And and because the way I may and maybe everybody's not aware of this, but the way that the
process works right now is is that you turn in your um discretionary leave seat sheets and they so first of all they go to the secretary, right? And then the secretary works to try and find a substitute. And um the whole time they're sitting there as the secretary is trying to find a substitute. Then um the substitute so may so maybe she gets a substitute for you. Then it goes to the administrator for approval. Then it comes over to the district office because Jana has to enter it in. I mean these things get touched by so many people and it's just a lot of touching >> and it's a lot of work right for people to to do this and there's const there's constant you know because after you wouldn't believe all of the stuff
that ends up on those sheets if you've ever seen them after after they've come to the district there's this scribbled all over and this sub worked half day and this sub worked halfway all these kind of notes and everything. Janice's calling up the secretaries like, "Tell me again what's going on here." I mean, it's like um and then she has to go and enter it into Tyler the sub's hours. Whereas with a with a substitute management software, it just flows in >> to Tyler. >> Your time off flows in and the sub and the sub hours flow in. So, I I mean, it's it's a lot of money and it's going to be it's it's going to be work for for me because I'm going to have to set all this up and then we're
going to have to decide who's going to oversee it and they'll have to be trained and, you know, all those kinds of things. So, I don't know what you guys want to do. I'm just bringing it to you. >> Oh, my question was going to be what's your recommended Well, I mean, as you know that my um that my recommendation is always going to be automation mostly just because of all the steps it saves and the labor that it saves and the time that it saves. Um but I also think that it's important that the teachers have input on it as well. So, you know, maybe we do more inside discussion or I don't know. >> I mean, I think the the given answer is we have >> Yep. >> I mean, it is significantly
less. >> Yeah. >> A lot less. >> Yeah. We're talking like $4,000. Well, clo Well940 9 for the startup the onetime fee >> and then after that it's $3,000 a year difference. Yeah. So I mean that's the kind of the thing when you have an ERP system already they're going to put you over a barrel. They're not going to let you go to outside. I think what they >> cost is what we pay the sip. >> Yeah. >> It will cover the annual after, but it doesn't cover the startup. The initial setup is $9,440. >> Now, that being said, um Tyler always like pads their um >> my experience has been that Tyler pads their estimates on how long it's on how long they're going to have to work with me, which is what they're
charging us for, right, to get things set up. And um we I'm just not going to use that much time. I know I'm not >> char >> by the hour. Yeah. >> Yep. Yep. Yeah. So that's our that's our >> financial accounting system. Yeah. >> Yeah. This will be this will be a different portal. It'll be Yeah, it'll be aside from >> um from that portal. Yeah. >> Yeah. My next question was we need to give the secretary a heads up that they would be losing their >> I mean they'll get it while they do it. So like saying we can get this implemented by January but we'll just need to do a ML that says they still get half their payment but not or depending on the implementation and all of that but that
would be my suggestion to the testing is just to be aware of that. So then Heather, does it like notify the teacher who the sub is orify the >> It does and I tell you it does some guys it does some really cool things like you can put your lesson plans on it. Um you can leave notes for your substitute like Billy's a real pain in the you know and you know and things like that and and um It's so long in here. >> Open the door. >> They're leaving. >> So that's I mean there's a lot of a lot of really neat things that you can do as a teacher in there. You can actually you can request a sub in there. You know, you can say my first preference is and then it
goes to that person first and if that person says I can't do that, then it goes back out. So >> second for >> it doesn't do that but it just it just has a lot of uh capability for things like that that I think you guys would actually once you got used to it would be really really useful and really helps the communication between you and your sub. So they've come a long way from when I was substituting that's for sure. But yeah, >> we're seeing that. >> Um I'm thinking it's probably going to have to be the high school secretary. So probably Jackie. Yeah. >> But it would be significantly minimal. >> It would. Yeah. Essentially it would just be her going in and saying, "Who am I missing?" you know, uh, on Friday
or on Thursday, looking at the next week, who's got a sub, who doesn't have a sub, do I need to push it again? Do I need to, you know, >> it could just be the secretary, then the building principal's got building, each building principal has to be looking, too. Yeah. Right. So, this is really a >> Yeah. Well, because it's the building principal who's approving, so they have to be looking. >> I guess that's my question. is if if we know we want Tyler and we know that we come this far, >> I think we're better off at least saying that we're going to um go with Tyler that if we're going to choose an absence and substitute software that we would go with Tyler. >> Yeah. Um, and then I think probably what I
would have Tyler do is I can have Tyler run some demos and stuff for the for the teachers and for the administrators to kind of give them and secretaries to give them some idea of what it looks like and how you do it and and all that kind of stuff. >> And so just to start some internal discussions about are we all good? Do we all agree? But at least we've got the approval from the board that once everybody agrees go. >> So say that >> curious is like what the I don't know what the age range and some of the capabilities for substitutes and what you give them. >> Yeah. I don't know. I mean, we'll have to just wait and see how it plays out. >> They can >> the You mean the
substitutes? as like the younger generation like younger generations, you might get more people willing to do it because like Jake said, just get a notification as well and say yes, plan it all out. Like there also might be a whole another subset of um of an audience or or um population of people who might prefer this setup. >> See people struggling too. >> So I can too, but that's why you have the option of the phone, the phone call or a text. It can also come across as text and they can just accept or deny at that time. So that was definitely conversations that I had with each provider was look we have a wide range a wide demographic range of substitutes. Some people are going to be super comfortable with an app on their
phone and doing all that. Some people are not. And so I need to make sure that I can reach out to all of them. >> Absolutely. >> Yeah. Yeah. Yep. Absolutely. >> And now we have the And now we have the um staff computer. So they could actually even come into the school and log in on the staff computer and look at it that way. So >> that's why I just mostly >> Yes, I think it is advantageous um if we go ahead and make a decision now and continue internal um demonstrations and discuss sessions so that we have the approval of the board when when staff is ready to pull the trigger and and if they look at all the demos and they say no way we're not doing this then we we don't
do it. >> I move that we move forward with Tyler >> second is there any more discussion any discussion? All those in favor say I. All those opposed and signed. Motion carried. High school senior hallway flooring. >> All right. So the flooring of the high school Mr. didn't look into uh vinyl plank flooring similar to the classrooms. Uh it would be 30,631 for labor and materials. and we'd be purchasing all the materials for the middle school middle high school hallway um for a later date. >> The real reason for that was just to avoid uh Sean had a concern that you know what if this gets discontinued then we're going to have mismatched and that will look like you know looks like it is Um is this red for those book that math came up?
>> Yeah, this will be building reserve >> and it will be done. in the room. And where was this on the on the list? >> Not enough because tearing up. >> Sean's been talking about this for like three years now >> since I've been on the board. Yeah, it's it now is >> the carpet is >> and so like we had to try to Google it back down again last summer and it stayed for a while but now it's cleaned up in about 12 spots. >> Yeah. >> Um where it's like so the next step of that's going to be the tears for the trips for that because we created the beginning of the next what's going to happen in those spots. You can already see places where it's starting to like >> wrinkle. >>
It looks wrinkle. Exactly. looks like a circle like separate and wrinkle almost like come apart. So the word >> it's not actually the original one. >> So it's at least I would say it's >> that was like one of the first things Mr. King did. So I'm going to say there's a pretty good chance that's about 13 or 14 year old carpet there which has had a lot of wear a lot of feet on it. Um maybe still just this keeps it local. Yeah. And they've done all of our flooring. Yeah. And I'm assuming you >> Well, I know, but sometimes they just say information. Yeah. >> Oh, yeah. Yeah. No, it's an action item. Yeah. And I will just uh store the flooring over in the Head Start building so that it's, you know,
safe. And >> well, the this one will be, but the extra floor that we're purchasing. Yeah. And then we'll just try and plan on doing >> like, you know, a hallway a summer over the next two summers, I guess. Is that the plan, Sean? There's >> something like that. >> Yeah. >> But we knowing we have the materials is a big thing because then we're not going to have any problem with it being discontinued or >> set the product. Second >> second Brown. There any more discussion? Any discussion? All those in favor say I. >> I. All those opposed saying signed. >> Any more quiz? Did you vote? >> Yep. >> Okay. >> Montana day. >> All right. uh the steering committee of Montana regular asking for the use of our buses uh they will
pay for the fuel and the wages for the bus driver they're $18 an hour uh drive wait time of course uh their work is uh working up a contract for that so our I don't know if you want to add on the liability but li our work still covered on our insurance side of things we're just looking for allowing them to use the buses. >> Motion Dave Brown have a second >> second from Angel. Is there any discussion? Any discussion? All in favor say I. I. All those opposed same sign carries. pages transportation coordinator position >> with Terra Cole leaving the uh coordinator part uh two position um for scheduling the bus activ activity buses uh administration feels it be uh feels that a new hire would not be able to or would not have
the knowledge to do what has done. Um so we the personnel review the personnel committee reviewed it um and uh thinks that we can combine the the two. >> So there's no action. This is information only. The position is already been um posted and uh >> filled. How long did we >> uh I posted it last week. Last Friday, I believe. Yeah. >> Yeah. >> Driver's ed cash trans. >> Yeah. Um so we're carrying a lot of cash right now in our driver's ed um cash fund. Um, so our cash balance right now is over $28,000, which mean this money isn't working for us, right? So it's just sitting there on cash. Um, so I'm just asking that we transfer I think $18,500 to the STIP. So we are we already have a driver's ed
stip, which is the investment vehicle that the county manages for us. Um, and that way that cash can be working for us a little bit. It's still very liquid. We could have funds within 48 hours if we need to. And it leaves about $10,000 cash in the account. Um, which is more than enough to pay for driver's ed over the summer before the state reimbures us. So, uh, I'm I just think it doesn't make sense for us to be carrying that much cash in in that cash fund. I make a motion the 10 for 18,500 to step >> motion from Angel second. Second Katie Brown. There any discussion? Discussion. All those in favor say I. >> I. All those opposed by carries in agreement. The only for tonight is occupied. Um, >> so the changes
to the agreement I believe were highlighted right in the Were they still highlighting the need? >> No, when when they send it over to us, this is the one that we signed, so they don't have it be highlighted. Yeah. So there was a change in um the same I'm not looking up too. Um, we agreed to a change in some language about vacation payouts. Um, so if you take any unpaid leave during you, a classified employee takes any unpaid leave during the school year that they will first use up whatever they have in their bank before taking unpaid leave and then they will still get paid whatever they were by the end of the year. So we just clarified some language like that in 8.2. Um 8.5 just wanted to clarify um the language a
little bit more by splitting the paragraph. This is regarding bereavement leave and removing the word additional because it just created a lot of confusion. So we agree on that. Um 6.9 this is us changing um the when a new employee is hired they can get credited for up to 10 years of experience. So starting at step 11. Um so we agreed to that for the 26 27 year. We also did anou um right that right. Yeah. Yep. >> And theou. So um for the 256 year. So that's what that was. >> And 8.7 just added the word um physical illness, physi physical disability or death for um being able to donate days in their sick leave bank. Um we agreed on a 60% increase on the base for the um classify. Then the last thing
was um the language regarding when secretaries are present for teacher work days and that so there's two secretaries at each um building and that they can alternate like not both of them don't have to be there on those days. They can alternate and they and just clarifying that if it's your off week, we don't have to take these on your off, right? You and I like your week. Yeah. And you don't you only have to take leave if you miss yours. >> So, we just included some language with that in there. So, did I cover everything, Justin? I think so. Let's just test we have to that's just Yeah. Move to approve your classify Any discussion? All those in favor say I. I. All post saying I carries. >> Audit. >> Uh the auditors have
completed their audit. Uh, >> actually, sorry, sorry, sorry. They did not. No, they sent me a preliminary. Yeah. And so this item needs to be tabled until um next month because we only have a preliminary. >> They thought they might have it to us, but I contacted um Tony again uh yesterday and he said that it's in the approval queue. >> What was that explanation when it was debunked? He had no explanation. And I mean, honestly, I don't think the state of Montana, there are so many schools that a aren't getting audited at all, um, or b are behind in audits that I just don't think there's a whole lot of oversight on this. Yeah. >> Will it be done by the 21st meeting or >> He said it will be done by the 21st
meeting. That's when I'll That's when I'll do it is 20 the 21st. >> Yeah. >> So, but the preliminary did say that there's no findings. Yes. My first full audit. >> Yes. >> It >> Yeah. And not just me, Janna. >> Yeah. >> Donna, >> it's not only >> Melissa. Yeah. It's not It Yeah, it was not us. It was that >> second from Angel, >> wouldn't you think? But honest to goodness, we have an auditor. I don't want to make waves because there are so many schools right now that are just desperately seeking auditors. All those in favor say I. Same sign. Motion carried. Admin school elective teacher position. All right. With Miss Mick's meeting administration had stop shuff classes around teachers around fill out schedules. Uh so there will be a need for
a middle school elective teacher position uh to have a complete schedule available to students and not cut back on class offerings. It is in net zero with Miss Nick leaving. Uh there will be no uh there has been no interest or applicants for the egg position. So we're asking you to approve a middle school elective teacher. >> I think important to know that this really isn't a new position. It's the same number of classes we've had last year. It's just the way it's been shifted around. It's created >> and it's ultimately still the same number of teachers as well. >> It is. Exactly. >> It's just that we're calling this one with a separate title because of the makeup of the classes this person will be teaching. Yeah. >> Yeah. It's easier to get a
K3 sort of like feature licenses. >> There's more flexibility with Kate. >> Yeah. So in the event that we fill that A position then >> well I would say if we fill this A8 position we're not going to be looking for the egg position for this year at this point >> seems even next year but >> then next year we would advertise for it again I mean would be the idea um >> the need or like five millions of barrels middle So I love that. >> It's a it's >> made up. >> I made a motion to Oops. Go ahead. So this is my question. We actually have to take action on this. If we're not actually adding a position, we're not like we still have the same number of teachers. We're not adding classes,
>> but it's a different it's it's a new position in that it's a new titled position. It's not I know that it's a net zero to adding teachers, but we don't have a middle school electives teacher this year >> and it's a position that we're going to be, >> right? And so we have to it has to be an approved position for us to advertise folks. Yeah, but but just to be clear, this isn't an addon. This is just approve. I I take it on myself that we approve the creation of the middle school elective teacher. Motion Katie Brown second. >> Second Katie Marcus. Is there any discussion? Any discussion? All those in favor say I. I. Although the full time furies meeting is going to be played June 10th, >> right? >> Make a
motion to >> motion from myself, a second from Katie Brown. Is there any discussion? Any discussion? All those in favor say I. >> I. Carried. We are here.
