Okay. All right. I'll call this meeting to order. I pledge algiance to the flag of the United States of America and to the republic for which it stands. One nation under God, indivisible, with liberty and justice for all. >> All right. Tonight we have three members of our board here with two absent as well as administration. Thank you for joining. Uh, first on the agenda is public comment. Public comment is reserved for items that are not on the agenda. It is for members of the public to give input on public matters, not personal issues. To avoid violations of privacy, a member of the public wishing to address the board will not be allowed to make comments about any student, staff member, or member of the public during his or her designated time to speak. To
maintain order and allow everyone the opportunity to speak, the chair shall limit an individual's time to three minutes. Does anyone wish to speak at this time? All right. Next item is approval of the minutes for our October meeting. I second. Sorry. >> Any comments or questions? All those in favor? Any opposed? All right. Next item is our correspondence and recognition. We'll start with the elementary principles report. Do you guys have any questions for Maggie? Not really. But I'm just assuming that when you're done with your stuff or something. >> Oh, yeah. >> Yeah, >> we did the fall benchmark. So, >> anything else to add? >> No, I don't think so. Teacher conferences are really good. We're doing the food drive for Love it. Thank you. >> All right. The high school and superintendent report.
Any questions for Tom? >> I thought so. It's going to be Charlie. I thought I said that >> so we have this Christina. and she's in there. She came like that week right after the last 14 weeks and then this contract [clears throat] >> and we also signed a letter of intent with Apollo for our infrastructure going forward. So they'll be working on that um whole process that he >> said you like you know it's it's pretty light we're not really locked in yet just more we are going to work with you more [snorts] >> we got thank you um kind of kind of public health for letting them use the elementary gym for healthare. I just threw that in there. Threw our numbers count in there. And then as well instruction, we leveled our
ed ready students. Ed is our assessment tool for math seventh through nth and 10th pathway to ACT and senior college level. That's all starting rolling pretty good. We have [clears throat] the new aging system both schools. Um The cool thing about them is we can talk each school from school. But the next step we have to do is put headsets in every classroom. That way we can page each classroom and then walk around and find I know like that speaker right there is not working and find some dead zones where we need to put speakers in that hallway in front of Shann's office and walks. So it's it's good but it can be better. >> So does that replace the big >> it's gone. The 1970 big box is gone. The office is so much
more open. There's more space. It's great. Did you guys like office space? Go out with that. >> Stole it. He's making locker in the shop. He's going to make something. >> But yeah, that was my goal. I wanted to go off space. >> Um, anything from PTO or booster club? >> PTO did um We had the Halloween carnival art. So they bought all the supplies for that and then they also donated money to the hospitality for volleyball court districts and booster. I didn't do a report but for the Titans, right? or else I'm just gonna surrender my [laughter] >> I keep talking. People keep giving me lots of great ideas. I'm like, you know what that'd be really good for is booster club. You should go help. [laughter] >> Anyone shows interest [laughter] here? I'm
trying. I'm trying. Let's see what we can do. >> I know. >> Okay. Moving on to financials. >> Sorry. Go ahead. >> Um I do know there were some families that wanted to come and talk, but I I'll bring it up for them. There was concern about our cell phone policy and the uh being too comment or you know concerns but I said this is a policy but I still recommend ISS working good teachers Mrs. students even said they like it. >> And I saw on the news last night's going for these parents that are asking about this. Was it did one of their children get caught with their cell? >> No. Not yet. [laughter] [clears throat] We've had I I forgot to look at the numbers, but I want to say we've had easily
between six to 10 kids serve the three days of ISS so far. Um and it just came within the last few weeks kind of a crack down. I think they gave a honeymoon period. >> Oh, they know about it. So >> yeah, and we hit it multiple ways. Um I actually did pull in the juniors and seniors and leadership. Especially students >> just when there was a little hiccup there first they were hiding in their box and trying to see and stuff like that and then I said there was times where I was like where is it and they said it's out my truck. So I like I walk out there and pull it out and I think just constant reminders just keeps us safe. >> But the 3day ISS I like it and I
still recommend it. on my end like it's easy the tier if we went to a tier system of anything you got to look back you got to figure out which kid it is how many times they've had it become a bigger issue than for me parents I just you know cell phones at home >> there hasn't been like an overwhelming amount so I think it's clear helping and the policy is working unless something drastically changes I don't see to change the policy >> where I kind of went with three days ISS there was an eastern school was doing three days of OSS I didn't like the idea of OSS because it's like sometimes that's a three days off whereas the ISS they're here and it comes with detention so I feel like harsh Yeah, we
talked to some kids at the assembly this morning and we were asking what they think and they even said kids are more focused. It helps in the class about their phone or where it's at. They're messing around with it. So >> if the kids like it >> Yeah. >> and the administration likes it and the teachers like it >> [laughter] >> I think all of us >> All right. Next on the agenda is financials. Any questions for >> [clears throat] >> I do want to give Catherine a shout out. After the last meeting, she showed me some projections she's done. So, if any of you are interested in looking at what are some potential increases or what our student body looks like that will then feed our budget, she's done a great job of just
trying to see where we might in the next few years, what the budget might look like, so we can kind of have an idea of what that um will play into our strategic plan as well as just overall how well. So if you want to see that, thank you for question. [laughter] I didn't include it because get a chance to go through it again. Um, let's see. I can share it with I'll just share with mostly it just kind of shows that our A and B it's dropped that it's because of the way that the classes are and we've got bigger classes and they rotate through and and our kindergarten is a big class and it's estimating like right now it's at 17 I believe. So I went with like an average of 15 because
it seems like it's decent size. So it just kind of slowly builds on itself and then projecting out for a budget. But with what they have and I reached out to other clerks too to see like how do you guys project? I know how to project for next year potentially but to go beyond that they said well it makes it really challenging because there's too many moving parts. Legislation might come up with something or there's property tax values that change or your effective. There's all these different things. Um, so they have a general fund spreadsheet where you go in and you punch in all your numbers and when you put in your school code and stuff, it brings up stuff from OPI. It just pulls it up into the spreadsheet. So I can I can
project out for next year and it gave us an estimate of like 20ome,000 more than what we got this year, which would cover like potential raises or, you know, increase in salaries to a degree or maybe But it wasn't like a huge jump like this last one was of the star act. >> Um but it should cover everything. But then going out further from that um it was suggested to me from someone from um OPI to just take the last like 10 years and do an average and then I estimated lower than that. I think the 10ear average increase was about 34,000 and change and I went below that. You never really want to ask me, but it gave kind of a decent picture, but I can share it with you. Let's see. Where did
I put the thing? Right here. So if it continues, it would be slow moderate increases every year >> unless like something else comes through some legislature comes through or we decide we need to do something locally with the lobby or something like that. But as long as our classes continue coming in at about the same size, if we drop again, that will be a different story. Anything else? Any other questions you guys have? >> The board of trustees at school district number one moves to approve payroll awards 63920 through 63940 district deposits 84 Am I on the right? >> Sure. >> What was the first 639? >> Am I on the wrong? >> I think so. Yeah, I was on [laughter] >> Oh, this is okay. I'm on September. deposit 83971 claims 177923 853. [snorts]
>> I second that motion. >> I motion. >> Any comments or questions? [snorts] [clears throat] >> All those in favor. >> Any opposed? Moving down to items for action. Item A. >> Just real quick, I didn't I did put in our clerk report just right in the um just right in the meeting. So that's just right in there. It's under report and budget. >> But I didn't go through it and update it anymore. It's just kind of you guys emergency response. My recommendation is that the board approves the emergency response time for school year. And just so you guys know, I went to the city council meeting 22 and we have a sign agreement with the city mayor signed that to use the city hall for evacuation site. So, we're going to plan for a
practice evac day that Friday, December, December 19th where we have that Friday day and use that as a plan to try to get all K through 12 kids into that building and try it out as an emergency response evacuation spot [clears throat] which is nice because it's indoors and then that way if anything ever happens or We can shut the doors too and meet parents at the door with our student and release them if we had to come through. And that's our number one evacuation now. But we got to try it and see if we all evacuation. >> Evacuation. We all just [laughter] Okay. The board of trustees at Ellisburg school district number one moves to approve the 2526 school. Any comments or questions? Thank the student or the town council for doing that with
us. I'm going to probably get them too and all the city council member will get it coming. >> Is the sheriff's office as well? >> All right. All those in favor? Any opposed? All right. Motion passes. Item B. board policy 2000 series changes updates accept all the boards policy reviews. Any comments or questions? All those in favor? >> I. >> Any opposed? Motion passes. Item C. >> This one for reviews policy 3000 series policies and prepar >> for this one. We are looking we Catherine and I and maybe were there did look into using assembly through our policies. A lot of districts in Montana use them and they automatically update them. There's a one time fee and then there's a yearly fee to go with this program. I'm 100% for it. >> I don't know
what exactly you're talking about. It's called >> [clears throat] >> simply and it's through the um Georgia Georgia school district association started it. Uh we we have a video recording we can send out to you guys from when we had our meeting. I uploaded it to the packet. It's all under correspondence. The email letter we got for the prices, what it cost, the discount. They're giving a 40% discount right now in November. If you do all of the packages, it's a 20%, but there's also a video link in there. You can they recorded the demo so you guys can see what we and then there was also a flyer that was attached. And >> if you see here, like right now they're doing a really big push. 40% off um before June 30th and then
there's an additional 20% off if we include all modules um all modules that I seen I really liked number one's policies because they automatically update the big policies that come through and then the way that you can edit policies is really nice because you jump on there it's like through a computer platform where we can change dates we can policies or anything where you can get in there easily edit them compared to what we're doing right now where we're editing them put them online which is really time consuming and kind of hectic and that's feels like some of them get lost too realistically. So this one they clean us up and get us back on par. And then the second part of it is they have a meetings portion. It's really nice because it sets
up the board meetings and we can templates for each month and once we build them for a year like once we got to November our last year's templates there we can't forget we got to hire this coach hire this person or check on on this because it's all built into the template and then the third thing so you guys it gets sent out and then all year working on it and plugging things in for certain things I do as a superintendent and it just makes it where it's not all you can kind of work on it throughout the working that way. Um then with the meetings [clears throat] as well, you can uh attach policies. So like when you do anything on the board, you can attach policy that go with it really like pull
up. There's comments on there for people that don't come to the board meetings, but I can go out and make comments if they think the policies or anything they want to What's some other cool stuff? >> Well, yeah. And all of your documents. So like all of your policies like um anyone like right now if you go to our policies on our website they're all uploaded under documents and because they're scanned in PDF they're not searchable. So if you go to them you get the whole thousand series in one go. And if you saying just looking for something. You can't do a find keyword search and then find it. You have to scroll through each thing through it. This would allow it to be searchable. You can search it through everything. You can um and
then once we update it's automatically updated on the system. The meeting module does more like you could it keeps track of all of your stuff that's coming in and documents are connected and say you know years from now years from now you got a different superintendent they would have all of that back history without having to go through paperwork binders of minutes trying to figure it all out. This would just have it right there and you just click on it to film but there's way more on all of that too. >> The other cool thing remember you got to do you could search AI policies and give you everybody that's on there what they have so you can kind But so here's NPS and right at the top here this link school district policies these
are all the schools that have its underground on there's [clears throat] all their policies and they all work by updating and then anything that comes through legislature they're automatically helping us out. And why I like it is, as you can see, there is a ton of schools in Montana it on this. >> so are we thinking I was just looking at pricing? So, are you saying that just the meetings component or all >> I for the price and with the discounts we do it all >> because once you get down >> you know you're down to the evaluation documents not so much but 20% off price the evaluation I think really helpful talking to the guy that was the sales rep. He was the board chair in Iowa and he said it was able to
send it out [clears throat] what it looks like. The only way that we've had updates in the past is have come out and talk through whatever has to be done. Office hours and I do feel we are kind of inadequate when it comes to keeping legislative changes. So, we're going through this process of looking at each of our thousand series, but just because we haven't brought this online yet. So, we will do you think it'll be there before our next meeting? So, we'll continue on this process just so that we should something happen, we will keep getting our policies with current dates on them until for next year. I don't know how fast it works because they got updated. >> I do [clears throat] with our goal just streamlining things and it makes time more
efficient. I'm not typing a policy going through >> back and forth. It's just So, we have our motion. You want a second? >> All right. All those in favor? >> Any opposed? Motion passes. Item >> offer contract custodian for 2025 2026 school year. My recommendation board offers an elementary probationary 6 month contract. So, we're just starting to do this like all our classified staff has a six month probation period, right? And we never did do like a contract and we found we probably need a document that just says, "Hey, the board did hire you for this probationary period, but this clearly states you're on 6 months starting here offer this offer contract and then it's trail and it's clear probationary contract. So, we're new to health insurance. Not until I thought it was six month
probationary. So there's no leave. I mean it's still acrewing as she works. It's >> acrewing. She just can't use any of it until the six month is done. But I thought it also included the health insurance. >> Yeah. And then what bit us was a couple years ago I tried like I came in like this is great. Let's just get people They'll say, "We tried that and as soon as we got some in, they worked for two weeks and then they took their two weeks off for a month." >> And so I think I was like, "No, I think this this is a goodation." >> And it's in our policy and the policy also states that each classified staff member actually has to have a contract to be working. We weren't doing contracts for six
months probationary period. So it seemed like we really need to have language in there. They were fully informed. They knew what they were going to get, what was going to happen when it ended. So, it was clear and not so long. >> It's already in the policy. We have to change policy. I think it's pretty standard for most businesses. You have a six month probationary certain places. Okay. So I think maybe it just depends on I mean I know benefits are perfect. Well I think what policy series,000. >> So they'd be coming up. So you could >> Yeah. when you get there. >> Okay. How about we do that? Put it on as a note for when we get to that portion and we can offer an elementary Any comments or questions? >> Let's go
back. >> All those in favor? Any opposed? Motion passes. Item contract junior high girls basketball. >> Okay. So the board of trustees for school number one. >> [clears throat] >> to hire a junior high assistant girls basketball coach contract to any comments or questions. All those in favor? Any opposed? Motion passes. All right. Item Fate travels closeup trips closeup groups out of state travel to go to California. Miss mess up >> New York. >> That was originally what we thought, but I'll just look at these. >> It's Broadway in the Arts. >> Are you looking for [laughter] Wait [laughter] a minute. >> So, we've got a [laughter] itinerary. It will be art and Broadway based. So, there's two Broadway shows. We'll kind of do the sightseeing. Go to the Metropolitan Museum of Art, the Opera
House. Um, further on in the packet. So, that's the first mostly the itinerary the tour dates which would be end of March beginning of April >> I do have a big sheet that includes what's included. So we will have a fulltime tour director that meets us at the airport and then is with us until we get on the plane to come home. We've got um overnight security in the hotels. They're going to be taking us in a lot of sightseeing, so they'll be there the whole time. We do have insurance included through the tour company for the kids in case anything does happen. So, I think I've talked to them quite a bit. I've had a lot of meetings with the company with different folks. Um and they're really awesome. They've been really helpful and
they've got it down. >> [clears throat] >> What company is it? Um, Explore America. So, it's EF. Um, >> this is the same one that they went and >> York is that protection plan, all the good stuff. Okay. So, board of trustees for school number one moves to approve the VHS close out of state travel to New York. >> How many chaps do you need for your trip? >> Well, currently we have eight kids signed up. So, I'm the chaperone. Um, You need one. That's me. But if anybody else wants to >> so far. >> Yeah, there there are eight kids. Um I think I'm good up to 15. Um with the age um one tour spot will be for chaperons is covered through the company if it's between 10 and 20 kids. And then
the second spot would be 20 to 30. But we not have that many. signed up. I think Tops will have 13. >> How is their fundraising going? >> Um, it's good. We've got some kids who have a decent chunk of change. We've just did a carnival. We're going to do a pie auction coming up. Um, silent auction on Valentine's Day. Like little stuff mixed in throughout there. The football game was really good. It was really busy. So, >> so I didn't How much is it going to cost? >> Um, per student. Well, it kind of depends on when they sign up because if they sign up later, they have to pay a little bit more. >> But I believe most of the kids were 33. So, 3,3 something >> off the top of my head.
So the um chaperones, do they cover their own? >> Um a second chaperon would have to cover their own. >> Right now with eight kids, I will have to pay a little bit out of pocket. >> Um but if it gets up to 10, then it'll be a free spot. >> But we'll see. I don't know. When do you have to finalize the kids in their >> um December 7th is the last day they can sign up? >> Yep. >> Time is my kids or not? I don't think so. his check for last year's concessions and the summer fundraising and all that is is I'll be giving them out to the kids tomorrow. >> All those in favor? >> I. Any opposed? >> All right. Motion passes. >> Thank you for shephering and being the
class leader and all the things that you're doing. We appreciate it. >> They're good kids. I was just going to ask, so how many kids are in that class? [clears throat] >> Well, it's juniors and seniors. So >> juniors has >> 11 kids. >> Yeah. >> So there easily could be more kids. >> There could be, but some of them aren't going. They have their own trips planned, stuff like that. >> Or they didn't want to do the fundraising. >> Some of them are waiting. They also, you know, find out like, oh, >> yeah, there's three of them right now who said they're just going to wait and see what they made, which find out tomorrow. >> They still got some more opportunities for fundraising. Lots of opportunities for fundraising really. They just got to
do it. Okay. >> Oh, yeah. Okay. >> We'll do that one first, then go to the last one. My recommendation is the board approves. >> My recommendation is that the board approves create the student council student council activity account. going the president and walk is helping out right >> and they're just making money so we got to put it somewhere like they're having fun with it food drive going what else >> you've been doing lots of stuff >> did you guys make up you wore hats or you did something >> pajama day >> for pajama day and I was pretty impressed >> 50 cents to wear pajamas like $34 I was like holy cow >> [laughter] >> for school district. >> Yeah. I'm watching Tom. [laughter] >> I was typing these before the football game
Saturday. >> Any comments or questions? >> All those in favor? >> I. >> Any opposed? All right. Motion passes. This council. We did the closeup. So the last item H. >> So this one is approve outstate travel for the eighth grade graduation trip. Um just com. Mrs. Burch and Mr. Hans are the eighth grade advisors this year and they got a good group 15 or 16 kids. They're highly motivated. This is what they want. They want to go to Silverwood for their eighth grade graduation. I didn't say no because I know in years past that used to be what would eighth graders would go seniors forward decisions but I I think I talked to Mr. as a transportation director today and said hey something to the board you could transportation director said yes said that's
fine I put it out drivers see drive first or I would drive so that good but I threw in here I think that they need to come by do they have enough money what their plan is that one [laughter] And I'm not I could see us even like this year if there was money they wanted to get money. I think that's what used to seniors and eth. I wouldn't think [laughter] >> when would they look to take the trip. >> So what they it would be that last weekend we did last year. >> What they would do too was it was no overnight. It was always get up like 5 in the morning that hour and you're there and then Usually right there too usually does >> they also have a program um that I
learned about when we were there that uh kids can read to get free tickets to with. So, if I don't know what grade levels it's for, but um my nephew went with us at the end of August and he had a free ticket because it's like our host program, but it's for a free ticket to Silverwood. So, maybe we get them in on that and they could all get free tickets and they would have to be reading. Maybe they came in >> like sixth graders start to >> a lot of families go. So even >> there's definitely restricted dates and times when they can go but I think that's the summer months. might be all right. >> And this one just goes back to our policy. >> Oh, I can read [laughter] >> my recommendations
approves the GHS 8. graduation only. So board of trustees at school district. [laughter] >> Any other comments or questions? All those in favor? Any opposed? Motion passes. All right. Um, so our next board meeting is September 9th. I just want to check really quick. That's our Christmas concert, right? >> So, it'll be >> early on. Yes. >> Okay. >> 45 minutes. >> All right. >> Yes. And with that, I'll adjourn the meeting. >> Thank you all. >> December 4th is what we're looking at Christmas. >> Is that something you guys want to go to? >> Where is it going to be? >> Well,
