002pleasure of the board in regards to the status of the U of the agenda I'm sorry approval is there second second properly moved and second at approval of the agenda any discussion or additional comment hearing none all those in favor indicate by saying I I I I'll oppose no I have it the Motions carried the agenda is set item number three Dr uh Swan thank you for your update sir thank you chairman hunt members of the board pleasure to see everyone I hope everyone's had some time off this summer I know it's been has been great U our campuses have been slowly gearing up for the start of the school year on August 26 but I do want to share some information items with the board and also some highlights of some things that have
003been happening over the summer so I am happy to say that we have our Burke Leadership Institute scheduled for August 6th and 7th so our Institute is designed around team building with all of our principles and assistant principles uh and our directors within the county uh we get together we do professional development throughout those two days uh Mr Campbell and his firm will be there to provide us with some legal updates uh and the biggest part is to do some team building uh and our our our motto for this school year is the journey continues onward to graduation uh We've realized over the last many years that graduation isn't the culmination of the last four years of high school school it begins at that prek area for our students and and that's going to continue
004to be that Focus for our students of graduation also want to give you some property updates on our Huffman Avenue which is the Eastern end of the property and central office property um we will be closing on the central office property Wednesday at 8:30 um so that was already been approved by the the board so we will make that purchase um on on Wednesday at 8:30 um and if you'll pay attention to the we've scheduled some public meetings uh for September 16th and September 19th for our community and I'd like for you guys to vet those calendar dates with y'all's schedule and if you have any conflicts let us know um we can possibly rearrange but basically uh th those are our calendar meetings um where our community come out we're going to provide uh
005you will hear a presentation by our Hamilton Court that would did the facility study on both campuses um ier and hilderbrand uh at our August work session uh on the the condition of those two campuses and September 16th and 19th will be be an opportunity for our communities to hear those presentations as well um so we're excited about that moving forward Mike could that also or will that also involve maybe um a presentation by Dr acard about how we got here with development of the uh the Grant and so forth yes sir there there'll be a timeline presented uh to to the board you'll hear that presentation in August uh and then we'll transition that same presentation to the community in September as well and can I ask how much thought or have we given
006thought as to where these These are going to be yes uh we will have one at hilderbrand elementary school in the auditorium there and then ier Elementary School in the media center okay yep so we'd like to do both we publicize all this yes sir we will um once um through social media through our newspaper Outlets um and then we'll also send out an email blast to the communities um across the across the county um will all seven board members be able to attend yes uh that is my hope um and and if we have more than four four or more of course we would it would be an official board meeting uh which um no action would be taken of course without the full board um Mr Campbell anything to add to that in
007terms of community meetings the board would just be there they're just listening session okay we wouldn't be discussing any information well I mean I would hope all board members would be you know be able to be there but no I mean we would uh it would be a public hearing would it not do you know what time you're thinking 6 p.m 6 p.m and there again I look at your calendars over the next day or so and if anything conflicts please let me know and we will need a they are official right sweet thank you okay I also want to highlight our summer learning program that we had we just we concluded it at the end of uh mid July students in grades 1 through three we had campuses at hilderbrand Mountain View Elementary VES
008and wa young and this gave our students an opportunity to reach uh end of the year reading proficiency goals um specifically our third graders so we had several students uh that that had to be r tested they were able to reach proficiency levels uh at or above the state standard so we're happy to say that once again 418 students that did not have to come back out but they chose to uh to further their education so we're we're happy and very fortunate that our parents took that opportunity as well also I know some uh I Believe Miss Beer's sons took some CTE summer camps over the summer so those have been gearing up Mr Casey Rogers has done a fantastic job and his team putting those together and our teachers at our high schools and
009middle schools we had cooking textile sewing Health Care Emergency Services construction engineering racing uh Agriculture and business so the kids and you can see in the pictures how often do you see a a nine-year-old or a 10-year-old going out and doing construction work uh sometimes they just don't have that opportunity at home to get that experience so this is allows our students to get that experience outside of the home and we want to continue to push that also as you know we are a gear up uh campus uh or Gear Up County um so we had several Gear Up camps uh for our students and gear up basically it it tracks our students from a certain grade level for example if they start with sixth grade that gear up Grant would follow those students through
010graduation and it provides academic support for those students it provides extracurricular activities so here we did some outdoor activities a Aviation as you see this they they toured Hickory um Hickory airport Regional Airport construction cosmetology and health science are some of the camps that they did this summer also happy to report hope I'm not stealing Mr Wall's Thunder on this one uh we have fed 26,6 188 breakfast and lunch from June 10th to July 24th so that is a phenomenal amount of food that we've been able to get out to our communities um so as you see here this is our food truck that was going out in the community um so we had have had that up and running uh and then we have our regular sites that are out there as well so
011we can continue to support that also Community giving the UNCC Health Blue Ridge they donated portable defibrillators to our high schools uh that that was a request based on some of our athletic directors and our um trainers on campus where they actually needed something to carry in their bags uh and we've used several of those throughout the school year um on P family members as well uh so it it was a huge uh insert for bur County Public Schools and we want to thank the hospital specifically for that also you see on the top right V's rotary they donated books um so this was a good fun opportunity they take the students they they spread out the books on the tables and the students based on their age level or grade level they can come
012in choose different books that they want to take home for the summer and keep uh so it just to see the the smiles on their faces also so the excuse me the United Way put together hygiene kits that we are able to pass out to our students as well um as a fifth grade teacher I always used to joke when they'd come back to us after Christmas time there was just a different smell in the classroom and and it those hygiene kits I know teachers appreciate them um also we had U recent bus driver classes so we're continue to push out the the bus driving classes here in Burke County Public Schools Mr Gardner has done a phenomenal job getting those classes organized through DPI uh they use our area they use our driving range
013they use the facilities that we have to help train our bus drivers so we'll continue to push that as well also I'm happy to announce last year a few last couple years um we had a YMCA 21st century Grant we had one Elementary School that was a recipient of that Grant which provided free daycare for our students of that school specifically uh so we did apply for a another grant extension through the YMCA and we received it so oakill wa young and mountain view currently um have 120 free slots uh before and after school and summer child care for BCPS students so that will be on a needs based brand through the the YMCA But there again we had a lot of parents wanting to transfer into Mountain View to receive that service so now
014we're happy that it's expanding its its reach to other campuses as well so also I do want to give the board a Chesterfield teacher housing project update uh Dr a and myself met met with Dogwood Health Trust this morning um so they are putting us on a deferment right now um so the grant they love our grant but right now they are going through another process with another system um and trying to find some different areas of improvement um so she wanted to come down and talk with us and tell us please pleas can don't don't lose hope on this this is just one of those things that um I believe it was Rutherford County Dr auton um yes RS Central is going through the process right now and that was kind of our model
015school that we were envisioning um where they had 30 to 80 no 60 units I believe um and they're having some legal issues with who manages the property who owns the property so Dogwood felt it'd be in our best interest if we put a pause on this this Pro process right now um so we we there again not not the best news that I could share with the board tonight but it's it's prudent information to share with you and I'll keep you updated on that I'm sorry any idea how long so it's it's a grant cycle for a year so as they open it up back in in January we won't have to reapply for that Grant um it's just going to they're going to put us in touch with different investors um for this
016grant as well and those are my updates chairman hunt any questions comments for Dr Swan on anything all right we'll move on to item number four for our staff reports and updates uh Mr Recker for HR good evening sir evening jerma hunt board quick update as far as Personnel goes and where we stand um as we get closer to that first day of school with students just wanted to provide a little bit of context and background um starting with this past spring so for the 23 24 school year we were looking at retirements and resignations and with those numbers for 23 24 our certified retirements have increased over the past two years that's a good thing of work they've earned that and they're retiring um so we're seeing more retirements from our certified staff but
017we're seeing fewer resignations we cut that by 30 total from 22 to 23 to this past 23 24 school year um and we attribute that to um a number of things we'll talk about that in a moment but that's a good thing for us we're holding on to our folks and that's affecting our attrition rate when we look at our attrition rate compared to our region there are 14 other school systems and right or wrong I look to see what they're doing compared to us so with that said out of the 14 we currently sit at number three as far as attrition so we're holding folks better than the majority of our neighbors so kudos to to our administrators and our folks the number two spot we are one percentage Point behind and the number
018one spot we are 1.5 percentage point so we're there we're doing what we need to to hold our folks as far as support goes in brt County there a lot to offer so kud store folks um our classified retirements have increased but they've increased at the same rate as our certified our resignations for classified have continued to increase and creep closer to what our certified are um I indicated on the bottom right a little bit of the why behind that I I know it's small up there um it's difficult with our hourly rate of pay with what we are tied to with what we can pay versus what folks can go out in our other surrounded communities and make outside of Education that makes it difficult um so that directly correlates to what we're seeing
019with our um classified folks um we've seen an uptick in our exit surveys of folks that are just playing out and getting out of Education they're pursuing other avenues professionally outside of that and we're having those intentional conversations and we specifically are asking folks is there anything we could have done different in Berke County to support you to keep you and retain you in Burt County public schools in education period so we're looking at that information we look at it about once a month with our district leadership and we share those results with our administrators as well at the school level so in 23 24 we hired 326 new folks when you look at that the math does not add up versus folks that have left us to the retirements or resignations but what is
020not included in that um in those retirements nations are our subs and our other folks that we bring in that are classified this past year we brought in just over 100 new Subs to the county so that that speaks a little bit to the to the imbalance of the numbers and the why behind that so they're not included in that resignation retirement section please if questions come up jump in there please so as of today we have currently 53 total vacancies 21 of those are certified so those are our our teachers support instructional folks from our counselors um and then we sit at 32 classified after lunch today we did get a number of recommendations that will be on an agenda for next week for our classified folks and U and two certified so our
021principles are still going at it hard as far as interviewing and putting the best people forward in front of our students so that they can be successful so kudos to them right now our greatest needs are EC teachers English and elae prek teachers and teacher assistants so that's our Focus right now um and not only our Focus but when I talk to others that represent local universities such as ASU they recognize those needs as well and it's not just Berke County it's across the state so they they're focusing on that as far as focus groups go to see what they can do to generate more interest in education but specifically EC English Ela because we need those folks um the comparison as far as where we look in in regards to our region right now
022so I I didn't include names but counties directly to our East currently sit at 118 baces we're roughly the same exact size as them they're a little bit larger if we look is that County or counties County oh singular okay um directly north they're sitting at 41 vacancies and this is total certified and classified Southeast you're looking at 93 directly to the South 194 and to the West 39 so I think it's very very reasonable to say that our folks have done a very good job at hiring and bringing in good folks and holding on to good people so praying for the future what are we specifically doing we just recently signed an affiliation agreement with calwell Community College they've got a good pipeline that's already established with ASU so we're utilizing what's already in
023place there to mirr and and create a pipeline for folks that want to get that Associates and go directly into a four-year College and all of everything transfers with reciprocity so I mean that's a win-win ECU is offering an online Masters and undergraduate in EC right now so I have a meeting later on this week with those folks for that affiliation agreement currently we have affiliation agreements with ASU Boon and Hickory Western Leno ride Western peont UNCG UNCC Garner web Mars Hill NC State Le McCrae mcdowald Tech and Liberty um so what that essentially means is anytime they have folks that need to do an internship doent teaching placements we have an affiliation agreement with them they'll Place their folks with us um a lot of times it depends on the program that folks are
024doing if it's face Toof face and they need to send somebody out as an advisor for example ASU the top third of our county is within their radius that makes it difficult to place here so anytime we get an opportunity to place interns or student teachers from ASU we take advantage of it but needs to be near the northern top of our of our County so we work through those um 23 24 school year we attended 19 total career affirs we extended out to North Carolina Ohio and Georgia for 2425 we're looking at doing those same 19 in addition to Coastal Carolina we have added already University of Central of Florida Florida State and George Mason are big are successful teaching prep programs that some folks near us are taking advantage of and having success
025having people come to their area so we're looking into that right now we have a wonderful beginning teacher Support Program I'm not saying that because Miss day is sitting over there um she does she she does a great job of supporting those folks in their first three years that makes a difference that is a tremendous selling point when we're going to Career Affairs where we can talk to potential teachers to come to us and when they visit and they see that level of support we're walking through schools that's when people really say I want to be here that's a game changer for us um we do onboarding through HR but we also do it at the school level so if you are a new certified or classified individual um our principals are meeting with them
026to do an onboarding before that actual opening meeting so they're not in a room with 30 strangers up you know 30 40 50 strangers going I don't know a single soul in here so that has been a success we're going to continue that I mentioned our exit survey we reviewed that data consistently we have um submitted a proposal and have been accepted for a fall seminar in ASU so they do a professional development for their future teachers um it's virtual those folks can log on it's almost like zoom and then they can hear that professional development so anytime we can take advantage of putting our folks in front of future teachers so that they can hear what we do and how we do it we take advantage of that and and I and I mentioned
027ASU a lot they are our biggest producers of teachers that come to bur County Public Schools um ASU we we do have an affiliation right now that they are doing a um support pilot for EC teachers we do a a semester HR Roundtable and that's where that heartbeat comes from knowing that we need EC teachers across the state so they're focusing on that and supporting those folks before they graduate and then after they get in the field and the national board support you know the reality is is when folks complete their national boards it's an immediate 12% increase in Pay that's tremendous so one thing that we recognized is that we now have somebody who's over national boards for the county and they bring those individuals together and provide that level of support um and
028then we also do tuition reimbursement for it because to submit your national boards it's about $1,900 so we do a tuition reimbursement too to help offset that cost is there and I I'd ask um Mr Campbell and Dr Swan as well is there any discussion uh from our good friends in the general assembly about um salary incentive for national board other than actual reimbursement of cost not that I'm aware of that the I believe we're at a 12% rate uh and that's that's where they're stuck on but I've not heard any discussion Bert counton we have several do you have a number Mr recer how many hund we're just under 200 okay yep um and we have roughly 57 current folks that are interested in St their national board upcoming year but we do provide
029reimbursement reimbursement cost and Mr Lawson and I are actually talking our reimbursement comes from Pepsi funding right um so we we just had a discussion before he left for vacation about increasing that reimbursement rate because we haven't increased it in years so that is on the table for discussion when he gets back as well I would ask the same thing about any discussion or have you heard anything excuse me have you heard anything about um reestablishing uh salary incentives for Masters they talked about it at it they talked about that in the discussion at the S session I don't I don't know if that will be something that comes back to us or not they're still aru going back and forth about that right now who's going back and forth legislators legis yes sir I
030think it's this is probably most important thing we do I mean getting teachers to come supporting young teachers what do you think when you see where we're rank nationally starting salaries and things I'm amazed at how well you do with things what what what are the things we use what do you think draws draws them here other than the great staff we have that speaks so well for what we have in place but what addition little carrots do you throw out there telling this is a great place to live and when I walk out the door and I see the mountains and I have access to the trails and I know I'm a 52y old adult but when I was younger when I moved here at 24 that's what enticed me here as well those
031were the exact things that brought me to Burke County I could have gone multiple places in the South Midwest and I chose Burke County many years ago and and have stayed because of those reasons so that's we don't have the night life we're we're that's not what our attraction is to individuals it's the nature it's the community feeling all of our small communities VES that does the family fund night downtown Morganton Community Affairs that Drexel has uh Hilder brand does a a founders day I believe the the wall denion do things so everything that Burke County as a whole has to offer I think is the the drawing Point we've had a half a dozen folks reach out to us just randomly they haven't applied yet but just randomly they they will call and they
032start asking questions and I always always ask wber County like you're in Idaho why are you calling me from Idaho and they said we've done our resarch search like what we see from the area we have some friends that move to a nearby community and we want to come visit we want to that chamber Comas kind of thing how what what kind ofation how do they get that think we are members of the Chamber of Commerce of course that does go out as a publication um but but I think a lot of it is you know social media Word of Mouth friends friend of mine moved down here recently uh purchased the home so they see it too it's a great place know those big Billboards you see around pach well I don't know that's
033something from the state there's a state organization I I want to say maybe one of the state teacher um Pence or possibly NCA I don't know who's doing that good sign Mr reer yes ma' I'm interested in some of the exit surveys that are being done what kind of Trends are you seeing with those and what are their interest um that's showing on those surveys or what kind of things can we do better as a district sure um so I was talking with d Swan a little bit about this D Swan a little bit about this earlier today um we need to do a better job of getting our classified folks to fill that out be transparent and and I don't know the why behind it to be honest with you right now but we
034need to do a better job with that it's going to come through communication and consistency I believe um as far as our cert certified folks Go Don't hold me to this exact exact number but when I review those if I had to guess roughly 6 70% of folks that fill that out but Pleasant with what's going on there is something in their personal life or it could be retirement that that they're leaving um we have a lot of folks a lot of our staff that are taking careing that are caring for their children and then their elderly parents so I've seen a bigger uptick in that and they're not leaving just burine Public Schools but they're leaving the state I mean they're making big moves across the United States to go take care of family
035members I've noticed that is a growing Trend yeah I know it's not a practice we're currently doing but I'm kind of interested in it as well maybe if we did kind of implement something that was short sweet to the to the point kind of thing that's not very lengthy maybe it could I guess kind of help us determine what needs need to be fixed before we get to the outside counting exit interview so like if you have um I guess staff certified or or classified coming from uh let's say Drex Elementary and then move into a different Elementary on a different end what kind of things are they moving for why like are they moving because they've got family that's on the other end of the county or is there some other reason that we're
036not not catching because just to kind of help I guess take a step forward in kind of evaluating what we can do or what's going on yes ma'am I'll get on there no to be big maybe just kind of quick and easy if we can kind of just see if that's something that that we feel that would be Ben official you know I I agree um we we there's been a lot of narrative and a lot of discussion with our administrators our building principles that we knew that enrollment numbers in teach prep programs were going to be down going through to about and two years ago we started having that conversation that if there's something that we can do prior to someone leaving us we need to exhaust those measures so course worth I I
037agree with you 100% we'll we'll come up with something a little bit more concrete as well so it's not L to chance okay thank you thank you do we know what percentage of those resignations do not fill out that exit survey I can get those numbers thank you y that I could do that pretty quick yes ma' I Keith I did speak with one of the teachers at Walter Johnson Middle School the other day and she was talking about the concern of new teachers coming in and not having support and stuff like that and I told her what we've been working on for some time and trying to get more support staff in there to help with our teachers so are we letting folks know that out there in the schools yes ma'am I I
038mean our the reason I say that I mean I know we're saying here but um are they feeling it out there in their schools that's what I'm getting at they should okay and and if there's a reason that they're not I really would I'm interested in knowing the why behind that okay but that is something that has not left a chance that is very clearly communicated early on it's very intentional and something new that we're doing this year years past we had a teacher Mentor program the state did it basically teachers would receive $100 uh a month stien from the state to be a new person's Mentor mine was Shirley I can't think of her last name I'm embarrassed to say media coordinator at Chesterfield 100 years ago with me and she didn't know anything
039about fifth grade teaching but she knew how to Mentor somebody young and brand new to the the building so that's what our folks are going to be doing this year we're going to have them not only do we have our instructional coaches that are out there but we'll have a building Mentor for those folks that are new to kind of show them you know hey we need to be at the staff meeting right now now not I'm going to call you 10 minutes into the staff meeting we need to be there 10 minutes early that sort of thing last year I remember that I attended the new teacher program at Mountain View Elementary do you know when you're planning to do that again for this coming school year yes ma'am so that'll be so on
040Thursday is that first work day when staff come back to us in August correct August 14th the um on Monday and Tuesday we'll be at patent high school and we will start at 7:30 okay Paton on what day I'm sorry that Monday and Tuesday okay and that'll be the week that staff come back to us later in the week all staff but I'm sorry Mike P Pam Mitchell will be sure to share the information with the board as well okay yeah please do that because I I I really enjoy going to that new teacher program last year and I think it's important that they know that we have a very active board and we're very interested in meeting with them and talking to them and letting them know that we're here for them and we've
041got their backs and that sort of starting a relationship with new teachers it makes a difference that I think we need to do thank you yes anything else for Mr rer thank you very much appreciate your your efforts uh Dr Acer good evening sir for okay good evening board members I've got um three updates for you tonight uh on three different areas of auxiliary Services the first um part that I want to talk about is our capital projects this is always a super busy time of the year for us um between June and August uh it seems like a long time until you get into big projects and then it becomes you realize what a short amount of time that really is um so I just want to highlight some of our capital projects from
042this summer uh the gym floor at gr High School uh completely refinished this summer looks really nice uh the Center Court logo looks great uh that was much needed uh they finished that up several weeks ago um but I think everybody had drawn is very happy with the with the way the court looks eastburg High school has some new Ada door openers for the uh two-story building and the uh coming into the gym Lobby uh they also got a new rooftop unit uh H HVAC unit and in November they're going to get um some new a new irrigation system on the practice football field the two-story building at Freedom uh Fresh coat of paint and all the classrooms there uh looks really nice uh the the flooring in the Bandon chorus room at Freedom also
043um redone this summer this picture was from a week or so ago that looks much different today uh when I was out there uh looking very good new windows at Glenn Alpine uh this is on the front of the building that faces the bus parking lot um there's this whole whole line of Windows there on the main hallway a couple HVAC units for halberton Academy for the gym shelter replacement at Heritage Middle School I've got some flooring projects going on uh Liberty Middle School uh Mall Elementary both of those uh several classrooms um new tile the big project is the heat and air project at North Liberty uh this is just a continuation of the project that was last summer last summer we completed the from the office that hallway in front of the office
044this project is a second phase it is the back hallway in the corridor leading to Liberty Middle School was that still using ner funds yes another project there at North Liberty uh the CTE room project of pattent high school one of the CTE teachers from the CTE program will be moving into the building uh so we were able to uh take two classrooms there put some doors and windows in between so the teacher and the students can go back and forth uh they're in the CTE program right and that allows us to move the fire truck uh inside the building uh the concession stand uh storage and restrooms at Ray Childers uh Elementary that'll be a nice addition for their athletic department students and staff uh there at the school uh Cher replacement also at
045Ray chers was that with the uh yes this was too thank uh new roof install at wa young and Ray Childers and I want to brag on our custodial Department um they've been working really hard this summer I think when open houses roll around and um folks are in out of the building and you guys visit uh you'll be real pleased with what you see um um you walk into some of the the hallways and stuff and you're you're almost afraid to walk on them um because you don't want the custodians mad at you first of all but they just they look wet I mean they look great so um here's a couple of pictures from Walter Johnson and patton these here where I took at um Salem Elementary our transportation department um brag on
046them also they've been going through buses doing safety checks changing oil tires brakes um giving everything a good uh a good look over before students come back and Mr Garder also has some um student interns working there also who are washing and cleaning the inside and outside the buses too so just a couple of other projects um I mentioned that irrigation system at East Burke uh we've got some awnings uh that'll be installed at Liberty uh the track we got a piece of the track at Liberty that's going to have to be repaired um new windows at mall that will be forthcoming probably next summer um we've been able to order additional radios and walkie-talkies uh for our schools uh with Esra funds we were able to order a lot of walkie-talkies I don't have
047a number right off the top of my head um but with the additional radios it only adds to what they have now uh we are continuing to add cameras um around our schools uh principes sro's our camera guys myself Mr Heron you know we're in and out of the buildings and a lot of times principes will catch us and say you think I can get a camera right here I really can't see this Arc right here do you think that we can get one right here so uh we're still installing cameras around the schools and on top of that we continue continue with our regular maintenance uh doing our work orders and and continuing any routine things that we still need to take care of in the buildings any questions on Capital update when do
048we um or have we already begun receding our football fields and dressing them up we work with Adrien Pearson Mr Rogers and I have worked with Adrien uh about out uh with a plan a program for putting chemicals on the field mowing Fields sweeping the fields anything Associated Mr Rogers um and I have met with athletic directors um along with Mr Pearson to go through and keep has that started this year yes sir the artion begins of course in the springtime and the over seating begins in the spring most of all of our Fields I believe are Bermuda so once they take hold they just need some water and high heat and cut them low and it'll grow brother we' had the high heat yes we have we we had the water too so um
049I saw some of our Fields the other day and they looked phenomenal yeah yeah Dr award I had a couple parents reach out to me towards the end of the year school year about the EC bus situation on the end on the East End of the county what are we doing to kind of I guess Aid that um last from what I was informed on it was the chairlift was wasn't working and the door wouldn't close all the way and I mean what's the possibility of getting a EC bus for the East End uh I with Mr Gardner he is he is out today but I'll be glad to talk with him uh he would he would probably know a little bit more about that than than I do right now as to how his
050buses are divied out and where they go the routes that they travel so but I'll be glad to talk with him thank you when he gets back in town thank you so much okay question about the uh interns I first off I love that that's amazing um have we done that in the past are we going to continue to do that and is there any plans to expand that to maybe other services or departments over the summer we will continue that and yes Mr wall and I have actually had a conversation uh technology has several in turns they've had in the past U Mr wall and I had a conversation with chart Wells about expanding those services in the food prep um so yes we're always looking at different and then we're we're going our
051opt-in uh program that we do with um BDI Burke development Incorporated and the Western Pont Community College that will gear up this summer as well we're having a graduation um for them next Friday I believe it's the 9th if I'm not mistaken um at church Downtown Morgan so we we'll recognize those students that did that opt-in internship and those are seniors that had already graduated but these are students that are still with us so we'll continue that mix Absol and where do we advertise that at at the school levels um our counselors will advertise that um that's kind of how that information gets disseminated very good I I love that yep yeah we've had student interns at the garage since um since I've been at auxiliary Services I had them there when when I was
052a transportation director also so and they do a great job um getting all the buses and stuff ready and cleaned up and you're just getting everything washed down we've had some in the custodial Department as well awesome thank y'all for doing that that's amazing okay so the next topic is the Freedom High School Driving Range so I went out and just took a few picks of the of the driving range U this is the inside section um of the driving range you can see quite a few of the cracks and grass growing up through the cracks there in the middle section of the range got a pretty good size pothole there across from the driving from the pond there at the driving range and you can see that that asphalt there is not very thick
053um at that area um on the inside of the range just another pick there that's more up to where the drill pad area is located at so I presented uh to board members back in May at your retreat we talked a little bit about the condition of the driving range um kind of where we were at as far as uh with the folks here were using the driving range so I developed just a timeline just to show kind of where we were at as far as where this process has gone so after the presentation at the at the May Retreat um I contacted West Consulting it's the engineering firm here in morgon um to schedule a meeting with them on the on the driving range on June the 7th because I really wanted someone uh
054to take a look at the range uh engineer with an engineer background uh to tell us what we needed uh to be to be done there um so I met with the engineers on the seven sth uh we took a a short walk around the range there was kids driving that day uh so we came back on the 17th uh took a look at the rain the walked with the engineers and then met with them again on the 25th um two Engineers from West Consulting at that time um to take a look at at the driving range condition and then West went back West consultant Engineers went back and developed a proposal a proposal for a cost estimation so this cost estimation is what it just exactly what it is this is not a bid
055this is not a quote this is just a cost estimate if if the if when the bids come in we don't know what they're going to be but the engineers look at what we needed what needed to be done on the on the driving range and gave us a number kind of what it's going to take to repair it so the first one of the pictures there I showed you showed that pothole um with a thin asphalt and the engineers were able to go around and find several places on the Range where the asphalt is very thin now in some cases you can put compound inside of those cracks uh to seal them up but where it is so thin the compound will not work U because you don't have enough asphalt there for the
056compound to go down into uh the outside Loop uh of the range you know kind of like the racetrack there turns 1 two 3 and four that's in good shape uh we were able to uh use driver ed money uh in the past and pave sections of that at a time so the outside Loop there is in pretty good shape the inside is the main area of focus um from the pictures the drill pad area um it is a candidate to be sealed up with the compound um because there's really no driving on it it's just for the parking of the cars and for Roc to practice so there's not a lot of heavy vehicles on that um piece of asphalt the engineering firm uh West consultant um they would provide all the drawings all
057the engineering the surveying the plans the layouts everything for the range the reason I asked them to the reason I asked for an engineer to take a look at this because if I have three hav companies come I'm going to get three different ideas on how to fix this three different vendors who could all bid different things but who all did not have the same thing on their spec sheet you're not comparing Apples to Apples everybody's got something different as to what they think could fix this so with an engineer drawing it up having the plans having everything laid out the vendor whoever the bidder would be the winning bidder after the after the bid would go byy those plans so then we know it's done right um but the engineering firm would provide all
058the drawings do all the surveying um The Firm would also provide the bidding um all the requests for information the advertisement everything um so that if there's requests for information if vendor a was to ask a question about the drawing that the engineer has drawn up that engineer can answer that question and then he can send that question out to all the biders so that everybody sees the same information um take care of the pre-bid meetings the site work the submittal and like I said any request for information during the the bid process so for a project project this is one of those large scale projects so this project would have to be advertised like I just said um for folks to be aware that we're getting ready to do a Paving project um there
059would have to be a pre-bid meeting where interested vendors would come to the site take a look talk with the engineer see the plans see what needs to be done U it would be a sealed bid we would have a bid opening date set where folks who came to the pre-bid meeting have a amount of time to take their work back to their office go through figure out what it's going to cost um or what their bid would be to repair the range and then once that process is over we would send a notice to all the biders as to where we stand at um and most of them come to the bid opening anyway uh when when those bids are opened so after VIs dist in range uh gathering information to fix the inside
060driving area of the range it's about five this is a cost estimation $542,000 again this is an estimation no bids have come in we have't this is as far as we've gotten but it let you know kind of where you stand at as far as what the inside of that range is going to cost to fix as an estimate um Dr Acer what did did West charge us for these Services they they will yes for the services that we ask them to come out and look and all that do we have any idea what that cost might be uh part of their they they will get a they do a percentage base of the of the project um I can get the number for you okay thank you but the outside is okay the outside
061is okay they thought that was the outside is okay it's that inside section of twist and turns there and then this does not include the what we refer to as the old skid pad this does not include the skid pad the skid pad is primarily used for uh bus John Hall does bus backing parking um I have been out there before when students are practicing um backing up pulling forward uh on the um on the skid pad but primarily the students are on the actual range U driving so the skid pad is I think it'd be safe to say Dr one is not used for the way it was used years ago um it's it's more for like I said backing up parking those kinds of things that is correct they I spoke to Tammy
062McNab driver ed director and she um they don't are with antiock brakes right now we don't do the put the water on the pad to do the skidding as they did years ago and same thing with law enforcement I don't believe no one uses that for that purpose any longer is it pretty good shape enough to do what we need to do the skid pad yeah the skid pad is not I mean it's not in that great a shape but it's in good enough shape for what it's being used for how long would a Pro like this take from start to finish um really depending on the weather this this asphalt would have to be milled up uh it would have to they'd have to bring the machine in to eat it up um put
063down new stone and gravel you're probably looking a couple weeks so whatever the board decides you know if they want to move forward with this project it's going to take some coordination with drivers ad yeah that's what I was yeah we would we would have to coord with the driver's head folks I think it was a smart move to bring in an engineering firm Dr AC because not everybody knows what goes on and involved in that and we don't have in we don't have Engineers on staff so having people that know what needs to be done and and the way to coordinate but also having a cost estimate up front before we even start a bidding process I think is important knowing going into it approximately what our cost might be so I think that
064was a smart move my my concern about the whole the inside the range like I said before is everybody gets the same information everybody gets the same plans everybody gets the same layout so they know what they're bidding on rather than everybody coming back with something different we've talked about this quite a bit I'm uh at this point I'm going to make the motion I I will move that we authorize and direct the superintendent to uh advertise solicit uh and make properly um selected bids within the scope of work that you've indicated uh for the amount of $550,000 to be paid out of capital Improvement money is there a second I second properly moved and seconded any discussion is money there to do it yes all right hearing none all those in favor indicate by
065saying I I I'll oppose no I have it the motion is carried Mr superintendent you're so directed Dr aard what's next so the new central office location so again just another timeline here um for the cost estimation uh again this is uh not a bid or a quote this is just an idea um of what it would cost to rehab the um uh West Union property uh for the new central office so um in may we talked U with an architect to um about what we were needing so we could kind of get an idea uh for the number of rooms um storage all that areas that would be needed for the new central office um we toured the building uh Mr Heron and Mr Setzer uh toward the building on June the 14th and
066on July the 9th again we met uh with a an architect to just discuss the room Arrangement uh so we could get a cost estimation of of what this project would cost for the new central office so the estimation uh for the new central office project was about $7.6 million uh for the construction estimate uh for the renovation of the building 1.9 million would be an additional cost for furniture test any environmental testing uh that would come up building permits legal cost and a construction contingency um also so with a with a total of about $9.5 million uh for the project to rehab the uh building again this is just a cost estimate this is again not a quote um or or an actual bid so I broke down the cost estimate um so it's
067about 440 ,000 um for areas like parking lots and fencing uh signage traffic Islands Landscaping that area uh about 3.1 million for the walls doors flooring Roofing gutters any architectural Renovations uh about 3.5 million for the mechanical electrical Plumbing um any hea and air upgrades that would be need to be done hot water heaters sprinklers fountains security systems burglar alarms um about 190,000 for uh Ada accessibility 304,000 for audio visual um shelving those kind of needs uh for training rooms and conference rooms Etc and then of course the 1.9 for the furniture um any construction contingencies Etc now couple of questions the um Dr Swan will be coming off of the patent and drawn Bonds in a year 26 I believe Mr Hunt 26 and that'll generate that'll continue to generate nearly three million little
068over 3 million 3.2 I believe okay that that would go back into capital and we're paying about how much to to lease where we ar now 200 and something right around 200 a year 200,000 something yeah and we would own the building pardon me we would own the building correct we and we'd be going from as we said in some of the previous discussion 13,000 Square F feet to 30,000 33,000 Square ft we did a rough cost estimate on um it was around $450 a square foot to do new construction as opposed to $150 a square foot to do Rena so we've we've kind of done some due diligence in that as well so at that 450 per square foot what would that have equated to in total uh around close to $19 million so
069we we do have to get out of the building that we're in the only other options we have is to either Rena or built new and so this is the most costeffective way to get that done I actually listened to the Berke County Commissioner meeting the other day um and it's online for people to view on YouTube and and yes they're right now their DSS is expanding at huge rate of their employees several of them are working remotely several of them are housed at the tax office right now um so yes they do not have enough space um to house their employees we've offered to house them with us in some of our campuses is a win-win for us but they want that that mentoring system that we have if we put them on our
070campus we have no one to Mentor them so for them to be in their space and and I I would say in the next couple years they're going to begin the process of they've already discuss building a new Human Services building over on East Parker Road as well I believe they're going to go up instead of out similar to the direction that they're in now but you know you actually you make a good point too that um whatever the untold numbers are of staff that we have working in remote locations we're able to bring them in um and and reduce that other outling residual and and competition for space that is correct we'll have everyone Under One Roof uh except for we'll continue to maintain technology here and of course our maintenance department over on
071Kirky very good thank you and we do have the uh we do have the AA able funds correct that is correct which would be CI as well yes well what say you I say we move in this estimate at all I didn't see architect and engineer which could be 78% yes I believe so I will double is in there yes I I will check it's built into the overall construction budget okay are we using local Architects or are they just curious you'll you'll have to do a selection process for that you've had some Architects that have helped with the planning process but since the fee will be an excess of $50,000 it'll actually be a formal selection got process based on qualifications so you don't know yet that building is a very sound building when
072that building was built years ago where we're where we intend to move to it's it's a wellb built building so I and the parking and everything that we would have over there that we don't currently have is going to be incredibly good for everybody similar question to the um the Freedom driving range once we get all the approvals go through all of the um kind of the red tape how long would a project like this take from start to finish um probably a couple weeks yeah now you're talking about all the bidding and everything right actual building we moving in what you talking you talk about the driving range no I'm talking about the central office from start to finish cancel that couple of way I thought you were going back to the freedom driving
073ring that was my fault yeah similar question to the driving ring how long would it take for central office once we go through all the red tape start to finish for us to be able to move in to the central office I don't want I don't want to give an actual number um as far as time but I think you're looking at at least a year okay I think I think a year would be safe Miss beer based on the the current contract that birky I Christian Ministries is under now upon sale of the building they will have they will sign a six-month lease and it'll be up to this board being the property owners to extend that lease if you so choose to give them a little more time to get their property organized
074so that'll be another discussion that this board can have um and that we're we're working with our attorney U Mr John Henning as well on some language regarding that as well do we know thank you for that do we know if there is a requested slsh date from the county on when they would like for us to be out of that building not an official One Last Time Mr Hunt and Mr Johnson I met with them I believe it was they would like another additional 5 to 6 months uh we had we we said we wanted some contingencies in place to to see some due diligence after their six-month window was up the first initial um we don't want to a lease a leaser to start vacating on month 12 right we we would like
075to have complete possession so that our architector architecture and design team could go in there and begin their their work because we couldn't do anything with Services already going on in that building no he answered what I was asking thank you any other questions or comments no questions or comments well I will move in fact that we direct and authorize the superintendent to um perform the necessary diligence to within the cost estimation that Dr AER has put together um to fund the central office project uh for a cost not to exceed $10 million doesn't mean you have to go up to $10 million we'll keep it right around right but U to give some contingency over the the 9.5 um counselor do I need anything else in that motion uh you don't I think it's

078here to print anything that you might need to for staff that means no matter what school they're at they can walk up to any printer that has a scan card attached which are the big printers they can tap their ID to it and it prints so the other piece that we're saving cost on is the fact that we're not printing thousands of pieces of paper that sit at The copier for months and we know that that happens across the district and I've talked to princi princi about that and they're comfortable with this particular move we did put uh Standalone printers for the principal the data manager and the bookkeeper and the cafeteria manager that didn't already have one uh got one as well um the reason for that is they're the ones that print the
079most they print reports they print uh checks they print with special paper so they needed a machine that would be directly attached to theirs um we did an introduction to our new printing system with sharp and you guys can watch that as well in your own Leisure but uh basically it just tells them how to do this so when they walk up to the printer and they scan their card and they want to uh maybe save what they've got to the drive they can save it directly to their own Google Drive so everything that they're doing is connected to their username so an employee leaves uh or quits or whatever we take that card away they lose access to the printer they also lose access to all doors that had that particular uh scan on
080it so this is going to work for doors and for prins so as we move forward in the future this is something we definitely want to see as part of safe schools um each school is going to receive a welcome packet from uh sharp they will also be at our dtlc at Patton High School which is our conference and you guys are welcome to attend that conference and visit lots of good and exciting things that'll be going on there we've also put in information on our new help desk site if you've not been to our help desk site it's a good place to get some basic information and some different things that are available through it um I think this is a good move we'll be saving almost $100,000 uh in cost for printers and
081no matter even if we' stayed with tashiba we would have still had to do this we would have still had to take out every printer and put in new the only catch to this is there's a possibility at the start a school that some teachers in some schools will not have printing capability those first couple of days but our instructional staff coaches and itfs are well are going to be aware of this at their meeting and hopefully we'll be able to work through the process this would have happened like I said no matter who we had as far as printers and moving forward we are also not being charged a minimum with tashiba we were charged a minimum whether we used it or not was irrelevant we still paid that cost was sharp is per
082copy so so uh it's a big savings in that aspect too so let's talk about what happened Friday morning at 1:00 a.m. uh for those of you that have any PCs or work with any company that had PCS you've heard of crowd strike uh they experienced a worldwide issue with an update that they sent out the update was really supposed to help us address some cyber security issues it was not a an attack it was simply an update 8.5 million Windows machines were fected um Friday at 7: a.m. um my phone started blowing up not from our people as much as from DPI and other directors wanting to know what we were doing by 7:45 or 8:00 we had uh three or four of our staff members Engineers already in here trying to solve what
083the issue was we recovered most of our servers we did lose our Tim server but it's already been rebuilt and we lost a power school server and you know we're not going to be with power school next year so that was not a big loss um all the machines that were impacted in our district were addressed on Monday uh when individuals returned to work we had to have them return um most of the people that shut down their machine on the weekend which is a good practice didn't have that issue because when they rebooted on Monday morning um that was the new fixed update was already being sent out by crowd strike we did have 122 machines affected we are fortunate because we are basic Bally a Mac District except for a few machines here
084and there um so we did apply the fix on Monday and part of Tuesday every engineer went to every single um PC sat down with it and made sure everything worked I did send an email out Sunday night because we were on a 410 we were very fortunate not many people were working that Friday and the few that were working that reached out to me I did tell them to just go home because it would probably be a while we weren't even sure when crowd strike would haveen but Sunday night I sent out an email and I put a copy on here at 7:20 telling people what they needed to do that morning when they walked in the door all the PC users in our district I think it went pretty smooth I don't think
085we had a whole lot of issues uh we had a few that we did not we were not able to recover their machine and we're going to have to replace it but other than that I think we uh had a good successful time I think we're only like two two machines that we couldn't get to actually boot up and do right um so I was also asked to talk a little bit about email and phone scamps um Burke County Public Schools requires a two-factor login and it's turned on for all of the employees some employees definitely use it uh next uh starting this file we will push that as part of every staff member uh that's certified will have to have two Factor because of Infinite Campus and some other things uh we do encourage
086our staff to mark spam and we block those email addresses when we know about them we have very good staff that will definitely email me and Dr Edwards and Ashley BS who blocks these sites and lets us know when these things are going on also a nice thing that we have as Burke County Public School Employees and our parents they can visit neun navigate and they can take a course on uh computer security awareness free of charge totally free of charge if have any issues getting to that they can contact us here in uh technology and we'll be glad to walk them through the whole process there's not only cyber security there's cyber bullying there's how to set your kids up for uh being able to U control and navigate what they actually see on
087their devices so there's lots of good stuff out there also we want to remind everybody don't purchase gift cards from an email request uh if Dr Swan wants gift cards he'll pick up phone and call you um I think that that's probably one of the biggest ones that hits a lot of Staff especially staff they want to do what's right so they really are it's not that they're not paying attention it's just they want to do the right thing so we have been receiving some emails that have required some special attention and we have our staff they have gone through a cyber security a couple of years ago they probably need to be reinforced again this year but we've always talked to them about please pay attention to the email address you know if the
088email address says like m a melan h bcps.one need to meet with you that is not me right um so I think that's important um we also uh remind everybody don't call unknown numbers don't pick up the phone and respond to emails have any of y'all had the email about the toll road charge for $76 y got two text for that uh and my husband who is not real te tech savvy wanted to know when I'd been on a toll rad I said not me so we deleted it but he also got one for USPS uh the United States Post Office Service uh there's several of them floating around there is no way that you can block all of that you have to be uh knowledgeable of what you're looking at uh don't allow anyone
089to remote into your computer and take care of an issue for any of you that have not seen The Beekeeper you should see it because that's what it's all about and he drained 7 million from her account or something like that so all because he could get in uh don't answer phone calls from numbers even local numbers now that you don't recognize if they really Dr Edwards and I had this discussion if they really want to talk to you they're going to leave you an email or a voicemail or they're going to email you from their account right uh don't share Bank information or passwords or social security numbers with anyone uh don't put your passwords in your phone under contact find a secure program to put that in there are lots of things out
090there there's a few free ones password keeper is a huge free one that we have recommended over and over and over uh and on top of it it's like 30 bucks to 90 depending on how big of storage area you want uh fake fake email messages have misspelled words right fake email messages have incorrect grammar pay attention when you're using an unsecure Wi-Fi when you're sitting at Starbucks it's unsecure so make sure that you're not pulling up your bank information or make sure that you're not purchasing online and if you are always look for the little lock down at the bottom that means it's a secure site um and this could be true for wherever you're at we do a lot of traveling so we're in a hotel in a resort in a lot of
091public places and I make sure to forget that Network as soon as I leave because I I don't even want that Network on my machine right so it's just a matter of being conscious of all the pieces there so that kind of wraps up what we were going to talk about are there any questions or anything you guys want to find out ask I like the idea that we're providing parents with a way to go in and help secure their children's um access to the internet I think th this has been a real concern to M especially noting some of the things that have taken place over the last few years with our students um that we I think the internet has a lot to do it's a lot of negativity out there it's just
092like you can't hardly pick up a newspaper and see anything happy in it you have to dig for the happy stories all you get is the junk and the crap that's out there and our kids are getting the same stuff so if we can educate our parents as to how to navigate some of that stuff I think that's our job not only to educate our kids but to educate our parents too and we have in the past had a parent night and I think that's probably a good idea I do know that some of the instructional Tech facilitators present at Title One Nights in elementary schools so I mean there's some of that going on but it could be definitely move into a a wider scale and we will definitely take that back and i'

095and were awarded the money and so I'm you know repping my app state today so okay so in June Miss n and I had the opportunity to uh pitch a compet at a competition U she wasn't with me but she was there in spirit I'll just say that at App State uh with the Gear Up program and it was for the academic Innovation mini Grant and so districts or teachers individuals could apply for anywhere from 1,000 3,000 or up to $10,000 um with an idea and so previously probably like in April May I was talking to Dr Alton about some ideas um the options that were available for this Grant and she and I discussed the idea of hey what about supporting beginning teachers with this and so Miss D and I ran with that
096idea and um we put together a pitch that will support residency lure teachers okay so you all know it's no shock or secret that we have a teacher shortage in the state of North Carolina in Burke County and in the nation and so um what we sought to do is um and because of that teacher shortage we know we have teachers that are coming to us um in non-traditional ways meaning they did not go through teacher Prep School um where they had you know three years of prep a year of or a semester of internship and then a student teaching experience so they're coming to us having um background in the workforce they have specialization in math but not teaching math or they might have a biology degree or or some other uh Pathway to
097get to us and so those are called residency licensure teachers and because they did not get that St student teaching experience they need some additional support with setting up their classroom classroom management um and just what it the the background that you get when you have the veteran teacher standing beside of you for six months of your career so we know that those teachers need additional training and so what we proposed is um the many student teaching experience for our residency lens or teachers with a hope that we would retain teachers that come to us or that that P pathway because they're getting some additional support um and then the target audience uh because it is a gear up Grant they have to be 8th nth 10th or 11th grade teachers because that is currently
098our gear up Grant serves that cohort of students so good news we're wearing gold for App State because they did award us with $10,000 that's what we asked for and we got it and so um I'm going to turn it over and Miss day is going to kind of tell you because you all know she works with our beginning teachers when we are out recruiting we we really sell the support that we have and so this is just going to give us another another layer of support to brag about how we really support and want to keep teachers here in Burke County yes so it does not take the place of our current program it is and added on extra layer of support on to what we have so with this money we are looking
099to hire a residency support coaches and these would be um retired employees and so happy to say I've made contact with two past instructional coaches and they would love to be able to be a part of this and that's very helpful in that piece because they already know what needs to happen those skills about coaching um The Residency licens your teachers these are our current beginning teachers um that we've hired so um we're mainly looking a beginning teachers in year one that we've just hired and maybe one or two in year two but of course they're in grades eth nth 10th and 11th grade and of course we still have our mentors that we have in our building so this does not take the place of our Mentor this works in um side by side
100where we're going to focus more with our presidency support coach is with um as Dr Edwards says like classroom management consistency expectations routines transitions those things that are hard to understand at first if you've not gone through the student teacher experience in an education program so we have those and then what we're hoping to do with the residency support uh program is number one provide some professional development and team building we would like to bring in the mentor our new coach and the beginning teacher um during the work days hopefully and do some team building that trust um building that that relationship is super important for that coaching to happen um and provide some extra layer of professional development on top of the new teacher orientation that they have just went through um they will
101have our beginning teachers will have support to the uh with the residency support um coach the access so we'll have certain number of days where will come in and actually be able to Cod te with them model for them stay with their planning period and talk about some of those expectations so we can build their confidence during that time because when we walk into a room we want to fill it and own it and be able to set that tone for the year and then we also want the opportunity for that BT to go watch a veteran teacher in another school so that coach will actually take them to certain teachers they'll spend half day watching um a veteran teacher and the second part of that day they're going to say take that information and
102be able to make a plan on how to use it how am I how can you implement what you just saw in your classroom and be able to grow from that and then in the spring their actual Mentor will G have the opportunity to take that beginning teacher for a second visit so this will be a yearlong coaching and so our goal here is to build that confidence and those skills a lot quicker um in that in the school year so all through the year they'll have ongoing coaching and support I my goal is also to do a beginning middle and end of year checkin as far as the grant goes with those beginning teachers how can we adapt this what did we not give you how can we continue to grow this because our
103goal is to retain every teacher that we have so the knowledge I have on how to support you the more likely you are to stay with us as well and so retaining those teaches Builder confidence which also will lead to classroom leadership which hopefully means maybe they're just going to continue with that and which will lead to higher um evaluation instrument standards as well so um doing a fullon approach to just giving as support as possible again this is all voluntary for the beginning teachers who um do this there is nothing going to be mandated because we want their complete Buy in as well so we'll be doing face tof face interviews with possible beginning teachers to see if if they have the Buy in and they want to do this or not and lastly
104I will say at the end of the pitch uh I had a couple of districts came up and said man I wish we had thought of that so uh we're very excited about rolling this out um and supporting those teachers on a small scale this year and then we'll see where we go from there I think we all give him a hand absolutely thank you thank you all very much Dr Edward you just want to stay up here and finish uh oh yeah uh the uh book challenge update I think that we're going to give sure we'll get to Dr supposed to be up here they don't mind if I take there fine okay here we go so I did uh again thank you for allowing me to be here um I know something we
105discussed several times during the last school year uh was policy 3200 3200r and 3210 and I wanted to give you guys an update of where we're at with uh the progress there not really sure there we go so just like I said it's really quick um we have worked to create a fillable uh PDF form for the request for reconsideration of the school library materials and um that is under review right now with some we're getting some input from some principales some community members and um some media coordinators and once we have that finished uh we are working on a website that will be housed on our digital teaching and learning page and um the website will include the form for easy access for any parents who have or community members who have a concern
106with some of our library materials and then um the form will be there the link or the books that are currently under review and then the outcome of any decisions that have been made by the dmac committee will also be housed on that website and so we hope to go live with that once we um finish up the review of the fillable PDF form uh in mid August hopefully before we start back with school any questions so that's kind of where we're at you have one I have one sure um so just reading through the form um one question that I had is are any of the fields going to be required Fields well um we would like as much information as possible um because that helps us understand the full concern um so we
107wouldn't necessarily throw it at out you know if it wasn't there but um we want to really fully understand why someone has the concern and and in order to do that the form provides us with the most information and I did take it um it's it's three pages long I know because the font is Big so I have worked with the formatting to make it a front and back page document as well awesome and then the second question that I had um I believe it's question number eight um I like to think I'm smart my kids say otherwise but I struggle to understand understand what it meant yeah it was just I didn't understand um so maybe breaking that down into simpler [Music] terms okay so yeah we can do that that's asking what would
108you put in its place okay I can I can simplify that for you absolutely than I can do that I was like educational quality literacy Merit I I don't know quite really what what's I'm being asked so yeah if it was in simpler terms but other than that it looks phenomenal okay thank you Dr Edwards of course um you you know took the suggestion and I brought forth back in main kind of kind of ran with it um I've got just a couple opinions I don't know if you want me to if you know maybe the board wants to hear and kind of put in cents worth or tell me I don't go ahead move on leslee but um so just just a couple quick questions so I'd hope to have a Google form but
109if you feel that you and your team would be able to work these requests and these challenges better as a PDF form then I I fully support that okay um I wasn't kind of in the mind of you know keeping it simple with you know radio buttons or drop- down menus as to what school you wanted it to go to um I'm just afraid if we make it too lengthy and too wordy people will be reluctant to even complete it in the first place and then we'll still have you know the discourse and um I guess unorganized you know this one going here this one going there that sort of thing I do see that um you know on the first page it said something about uh let's see in order for your challenge to
110be processed it said you must completely complete respond completely to all the following questions so well you know we can take a look at that absolutely and you have to think about if we don't have the mailing address if we don't have your physical address that is important because you know you want to know how we can respond back to the person who's challenging right and how we can um you know get the information that our teams once they have it through the review process feed that back to the person challenging it can I ask you just while if while we're talking about it which ones would you recommend be optional like that we wouldn't have to have um there's you know a couple statements on P number two you know it says if the
111following questions are to be answered after the complainant has read viewed or listened to the material in its entirely yeah I would I would like for someone to be able to read all entirety but you know we've got also on that same page you know number two says did you read view or listen to the entire body of the material before initiating the request um I would think that if you had one you didn't need the other kind of thing to kind of you know make it a little bit more comp um where do we plan to reference the segment from our policy where it says um you know once you challenge one book you know that's that's what you do right now and then after that's completed by our review teams that information is
112back to you then you can CH make your next challenge you see what I'm saying from that after the dmac team finishes uh the review and makes their recommendation the parent would be notified by the lead team member probably myself at this um for the next school year to let them know what the decision was and where that stands and um this would be on file uh it would go back to the school uh so the process would be the parent who or the Community member who has the concern would complete the paperwork take it to the school where the material is in question and and um then that principal would communicate with me hey and Miss Dell who is our district media coordinator we have a a request for review of Library materials and
113that's the that's where the ball gets rolling um once we receive that so we com we call the um the complainant or the person who has the uh would like the material reviewed and we say thank you we've received your request um the next steps are we organize a team from the district level the dmac team and I believe you were able to participate in one of those yes yeah and so um we would get that team together and you know coordinating um the dates and everything for everybody to get together get the we have to arrange for the books to get in the hands of all those team members yeah and so we would start that ball rolling and then once it was filed or finished um we would contact the the parent or
114the Community member and there would be a master spreadsheet and that's where we would feed it onto the uh website where we are going to house any decisions that are made after the book has been reviewed Miss Taylor I think what what your question is we we can add that to the form that this is your challenge until this challenge is complete that language oh I got you yeah I see sorry I probably made that more complicated than I needed to it was very good very good I need that says you cannot submit another is that what you're I mean I would rather see that than two points where you're where we're saying that makes sense you know have you read this in its entirety you know like it's on page two there and then
115the number two so like going back even putting something like that at the first or before the person ever clicks on the link to start the process okay to to start that okay you see what I'm saying so they know ahead of time that that's reference and back to our Pol our policy absolutely I can definitely put that in there I apologize for making that more complicated than you intended it to be so we do have a part on there where it says have the district media advisory committee but I had hoped or had visioned that once that form is once the submit button was submitted by the person challenging the material that once you hit submit from that drop-down menu that form or that document goes directly to that school where the person is
116wanting to challenge that book so now we have to print another form out and the person either mail it or email it or hand deliver it to the school so we can do that that you know Google is amazing and it can do all kinds of things um I think can I yeah I mean there's I mean there would be concern that and I I we would get floods of of um challenge books time and time again sit there compl a form without the leg work of but if if you have our policy on there that says that once this book is completed then we would be able to to review and challenge the next material right another thing just by me physically either bringing this or emailing it to the principal of that school
117for review it assigns my name and my face with it so that when I go to review and say this is Kristen Edwards this is her physical address she' either a student here or is a resident of Burke County you know this is a legitimate concern um that that was another thought process behind having a p PDF physical form versus the Google form but we can look at both um where we can start with one and if it doesn't work out we can go to the other um so once a person or a challenger challenges this at the school level how were like are we still going back to the same same processes that we had before where the school follows up with that person challenge in the book the school would turn it over
118to the because it's a our policy says a district media committee only if the person challenges it to the next level right no it's a district it's the district level from the schools our policy it was changed to if if I it's a it goes to the district level automatically regardless of the decision though right but okay yes all right don't know I was hoping I mean I know you're said there's going to be the site where we can look and see what the common you know trend is uh what the responses were from dmac and at the school level will that beyond that so if it's challenged at the school the dmac committee will review it and then the decision would stand for the district for all schools so for instance if it was
119challenged and the dmac committee said we choose we think you know this is a valid challenge we would like to remove this from let's just say eastberg high school then if that book was at eastberg high school Eber middle school tabot middle school and patton High School it would be removed from all four schools with one by one challenge you would not have to go so essentially we're taking out you know some of the work it it doesn't just apply at the school it's a district policy and it would take care because if if it's a good decision for eastberg high school then it should be a good decision for the district does that make sense yes okay so really we're taking the school level out of it by and applying the district that's how

121talks about it's just the regular participation um system that would fall within school performance grades um B is actually a modified system um where it's 20% on student persistence um 20% on school achievement and then 60% on growth and of course that is over uh three years um for data and then option C is a modified system that you can actually create your own and come up with your own plan um in the past we have chosen option b um for both halberton Academy and North Liberty and that is the recommendation that we are making to you this evening that we stay on that option um for the 2425 school year any questions we do this every year we do okay thank you Dr Swan do you wish to be heard on this prepared to
