003his joke he said it was pack yeah it was no it was fact and uh they had uh I got it thanks Sor right go right they had they had uh translators for 11 different languages wow and they had an English translator because uh more than half of their sessions were done in Spanish so if you did not speak Spanish and you needed an English transl Transat there was someone there to help you out wow so uh it it's not just for Spanish speakers it's for everybody uh then we had the uh bpack family night uh I believe that was uh Thursday last week so that was a good time that was here in our in uh the ELC um we had a lot of uh uh Elementary School participants uh singing dancing uh reciting

004poetry it was awesome MH and I'm trying to look up the date for the Fun Run um it says September 19th but I don't think that's right I believe it is September 21st that is the day that uh the Education Foundation has um locked in for the fund run our second annual fund run uh remember we did that uh that run yeah was more of a walk for well well there might have been some running involved somewhere in there so yes um I think you're right I think Dr Hunt shared with the with many I guess the whole board or the district about the 19th but I think it was somebody and then corrected that to the 21st yeah the 19th is a Thursday so okay oh okay that's not going from what my calend

005say so I believe it's the 21st I think it's Saturday yeah okay yes fun event very good of event and that's it for me yeah I'll never forget that secretary and I we tried to Sprint the last 100 meters the Camas I know he said yeah and I needed oxygen afterwards but very good event thank you uh Alex for just standing in the gap for the beack and uh you know call you the district tag but we definitely uh value your support with this endeavor keep it up F job any other board updates oh come on now how could we not forget bill being nominated I know he's we talk we we talk he likes to fly up under the radar and all of that but that was a great Dr kogan and I I

006don't know if he was going to talk about it but I said but it was it was very very you know just a nice thing to witness one of our own being nominated by a village for the many things that he does for the community so well job good job excellent in the field conk you for all you do appreciate it okay sorry Bill all right and I'm just going to I guess some highlights here that we have June and July meetings will be held in the high school cafeteria and I was going to put this out if you haven't it's my my fun yes so June and July meetings these that regular board meetings right or both committee as a whole but we have a one meeting in July which is going to be

007a regular board meeting right or is it going to be a special are we still looking to have that training in in on that day okay out canas out canvas the board so going back June and July meetings will be held in the high school cafeteria we were contemplating some training and we said you know we need we need a little break everyone deserves a little RNR that we were looking for only one meeting in in July I'm still looking that direction but we was trying to get a training in and it may be that same day of that meeting okay so I need to canas you guys to see if you would like to have some board training okay and it has to be worthwhile so I'll canas you on that more to follow

008on that and that's the summer training for the board and without any other updates board updates give return it back to to the floor okay if not we're going to turn it over to our superintendent for administrative updates great thank you president Brown uh just a couple highlights here um we're excited we are finishing our last strategic planning meeting which is tomorrow evening and uh it's been a a whirlwind but a very effective meeting um the Donovan group has come in and uh has done a good job leading our teams we've had some amazing dialogue at each of the tables to really start distilling down what goals we want to move to next year there's some talk about revisiting the mission statement the vision and so forth so um at the end of our meeting

009tomorrow we'll have it pretty much flushed out some of the the goals and the direction of the district um then the Donovan group will be working with our administrative team to tweak some of those pieces and then we're looking to bring it back to the board for final approval at the um um June I think it's 21st meeting so we'll have a final presentation for you then so we're we're excited about that and launching that for next year we also had um our first uh safety Symposium that we had um many participants from many other districts we had um police responders there as well um it just very well presented we had some of our own folks uh doing the presentation we had U Mr Maine uh Mr hollyfield we had Dr Luna um who

010am I forgetting Mr Tobias um they all gave presentations and we received really great feedback from everybody in the various areas and they've asked us to do another one in the fall um on some of the topics that we had so we felt really good it was great talking with everybody and exchanging information and we are developing a good network with other districts in this area so it was a just a really positive experience so kudos to our team for presenting so well um at that meeting you kind of I think you kind of downplayed that a little bit how successful it was I mean it was great reviews we did we did receive good we set the stage we set the bar and we are have a model safety we have heard we heard

011many many positive comments such as that so our our goal is to just again share our information with other districts and network and uh you know because we certainly have a lot of things that we want to continue to grow and refine as well so okay write the book and sell it okay there you go right good job good job by all uh uh in particular I asked Mr holfield to come this evening because I wanted to share have you see um some insights of what we did I think last week um a presentation from some of our Scholars I wanted Mr hollyfield to share some of that information um and also you'll see we he's also sharing the school yearbook coming around the table for you to look at they did an amazing job

012it's over there so that's coming around the table so Mr hollyfield kind of go ahead shows yours and uh talk a little bit about uh thank you very much uh greetings this evening to the superintendent and the board uh we wanted to report out from the flagship about some exciting things occurring at the high school uh I gave each of you a packet which has in it a news article that showed up in the Chicago Tribune which is called Daily Southtown out here where they highlighted our scholarship ceremony where we gave out $1.8 million and is still counting because we will have a total once it's done at graduation but in that one night $1.8 million was given to high school students that's crazy uh they were also um the person had to be present

013uh you will see on page four of the article uh one of the things that I had the kids know and the parents as well is that their belief in the power of education has guided them on this remarkable journey and to highlight to them that it's a testament to their dedication uh I was uh very careful with praising the students for the grit they have put put forth and I told them that their hard work determination and passion have set them apart and that the funds that they were receiving that night uh serve as a vote of confidence in their potential to make a difference in the world I close with uh having them to know that as Warriors they have a mandate on their back to serve others and to create positivity moving

014forward uh in addition I just wanted to take you through just some of the scholars that we have you will see we have students going to uh my I'm a mod University of Illinois at Chicago and they're majoring in computer engineering Premed biology pre-law Kinesiology look look at these Scholars there's 51 of them that were acknowledg on this night uh UI and Champagne Illinois State look at this person going to be a middle school teacher all of these scholarships and and a come back at cre right right yes decree finance major nursing uh music education a testament to the program that we have running at the high school the partnership with Meritt school of music down Town software engineering this is the founder of our agricultural program Ben who has been recognized before you all

015before from the Will County Farm Bureau great things look at the majors and I will share this with Dr Kagan who will send it to you so that you can go through these are not schools that we can just shake a hat at these students have worked very hard they're doing remble things and as we look at our mission statement I think we have set our kids on a trajectory where they are going to be World Changers the next principle may come out of this group of students these are our covid students that graduated from middle school that were not entitled to the type of graduation we have right now and look at the remarkable things they're doing I could go on and on because I love each and every student in this class and

016I think even the ones that are not going to college they really have a great head start on their next steps the other thing I wanted to do uh I didn't send an official invite but I put in the program but you are cordially invited to attend the distinguished Scholars dinner and award CER Cy which will be held this Friday evening starting at 6:00 for dinner and at 7:15 each of the distinguished Scholars will receive a plaque these are our students who have a GPA of 3.75 or higher and these students deserve the recognition that they're going to get on that evening so if you're not busy come out our Scholars would love to see you I would would love to see you there I think the more that we can uh beat their drum

017to encourage them and to motivate them and to praise them for the great things that they are doing these students will help keep our school on the up and up one other statement I want to make about this night kudos to Dr Cara who really push this idea of having the alarms be included this article that talks about the 21 scholarships there's a law firm called the witherite group who sponsors our mentoring conference she also had the law firm give the high school 250 $25 Amazon gift cards to give the students and staff they offered $2500 scholarships that are renewable for four years so that's a $10,000 investment in all 21 of these students and she said furthermore if they want to go for the master's degree and doctorate they would honor the renewability of

018that scholarship to help our students move forward it's a testament to alumni every alumni that leaves here does not have the mindset that I'm not going to return they're vested and giv back and I think it's a great Testament to the character that we are helping them develop while they're under our purview so I didn't want to miss this opportunity with so much bad news that get circulated this is something that we need to circulate I wish Eyewitness News channel 7 was here and that they could tweet this because these are the great things that are happening in the district and I wanted to make sure that you heard it from me tonight and please uh take a look at the yearbook if you get a chance because it is well put together and something

019that we should all be proud of thank you so much and this entire presentation with the 51 slides will be shared with all of you thank you can I ask you before you leave M Mr before you leave do you have all 51 Slice of these students up there yes we'll send it to you but can you just run through it you don't have to speak because there's people there's kids looking and I think it does them Justice to just show them up there if you don't mind shouldn't take long e another teacher thank you good excent any any board comments on this yeah this is definitely something Donovan group can they get a hold of so we can get that out to the communities we are putting together press release as we speak any

020other comments on this I I think there's another um award ceremony Thursday run for medy I think it's called I did a a run on Thanksgiving to raise money and it's scholarships given I think to students from University Park and I think they're having an award ceremony Thursday night this week I was going to try to get there I just oh okay excellent excellent thing very Noble very just so I'm just so proud of our kids and the achievements it's outstanding hard work it is it is and like you say we hear hear enough bad news about this and that but very commendable of all involved to get our to get our kids to this point so and the sky is the limit so good job again our principal where is that Dynamic did he

021leave no he's still here oh okay talking to our president all right and this book is awesome I I'm like first of all it stood out for me what the color we didn't have color back in the days and yeah it is it is awesome just the material on it it's just also on our alumni website we have yearbooks going back to the original date 1940 maybe I think it was so they're available for anybody to purchase really so yes for our alumni in case they've lost us over the years uh I'm not quite that old but I would love to have one for my daughter okay thank you I I've got another item on here okay sure so just to give the board some attention on this um we are going to we're asking

022to revise board policy 6300 um for graduation requirements uh basically what we're doing is we're wanting to put in 24 uh hours of community service and it will be teered in over the years again we really are putting uh emphasis on having our students give back um our communities are anxious to give the hours and um you know I think even just recently over at cre Elementary School I was able to connect Miss Prada with Mr holfield and they were doing work in the back um the Courtyard area and we had a lot of our students that were going over there and helping uh with the courtyard so anything that we can do to get our students involved the better so we're really excited to put this into uh place as well and then the

023second piece that we're changing is we're looking changing of how we're looking at how students are uh how their credits are looked at instead of looking at their graduation Year we're looking at the number years in attendance at the high school so there's a change in that so uh take a look at that and then we'll bring it to uh the board next uh week for said number so credits achieved towards maintaining a four-year graduation uh used to be based on um I think the number of credits they have now they're making sure there's a component on there with students number of years and attendance in the high school so help me I'm trying to understand yeah and Mr hfield maybe you can address that for us I can speak through it what was happening

024is like for the graduation requirement for the SAT because you have students misclassified they're classified 10th grade if they make up the credits let's say they finish on time they can't graduate because they didn't take the SAT because they're coded as 10th graders when they should be coded their proper grade level they still will get the attention needed because we will know you don't have sufficient credits to be a junior but the state said they should be coded for the grade that they're in not according to the number of credits you can't keep them at ninth grade and 11th grade okay that's what you good good thank you for filling the details on that no that yeah that that makes sense I didn't know that they weren't not doing it yeah so we'll have that

025in there your board packet for voting on for next week and that's all I've got for my updates so we can on um maybe to talk about boundary updates so as you are aware we have been wrestling with the awareness of some of our boundaries not being accurate and you know we've heard so many of our families and certainly are students that they are impacted by this we had 24 uh students in the area that were going to be impacted by this um we've done some work and some research we've talked to the other superintendents and the other uh um districts to see if we could reach some consensus um we have worked with our attorney as well to see if there's anything that we've not looked at so we've got just a couple updates

026today on that did you want to talk about that Jason sure okay thank you Dr kones president Brown members of the Board of Education I am here to provide you with an update regarding uh the boundary situation that was introduced to us uh last month uh as Dr Kagan said we've reached out to District 206 and 194 and after after reaching out to them doing a little research come to the conclusion that annexing that area in totality is not an option due to the number of residents from Creek that those two districts serve so with that being said um we have uh began conversation with our legal counsel who's reached out to is they're looking to seek a waiver for well they're looking to seek a waiver um they've had initial conversations with ISB regarding

027the waiver of tuition for those four uh 24 students um we probably won't get to applying for the waiver this school year but um we're anticipating doing that in a fall we propose that we allow those 24 students to attend the district tuition free and if the waiver is granted then they would be able to attend the district until they graduate those 24 students without being charge tuition am I correct on that uh Mr gry I'll modify that a little bit okay thank I'll let you speak to the legal aspects of it so correct about initial Outreach to is we're trying to get a sense of the way a waiver works is the waivers actually go to the general assembly the waiver of the school code but the process you go through is to get

028them to the general assembly and then if the general assembly is not interested in uh in hearing the W and it boun us back to is where is either approves or denies it so we wanted is get a sense from is internally about the sense to get a sense of whether they would be agreeable to this we have not officially submitted a waiver request I've simply reached out to to staff there um to get some initial uh feedback and initial feedback is um they don't see anything that would be overly OB objectionable about the labor request but have a formal response in that regard this is all just through the content that I have the board um and the length of the waiver itself is something that is up for further discussion as well so

029it possibly could be for the the totality of their time in the district I'm not sure I want to to that thank you what we need a consensus for us to um proceed with uh directing our Council to pursue that but more importantly direction that we can let our families know starting tomorrow that they can enroll for next year uh until that information is uh determined so I I'm seeing that that's agreeable yes yeah all right so we will go I I like I just want to just throw one caveat in there and uh I don't want to stir the pot or money the water so to speak but I'm just thinking about it as I was just sitting here listening so we're talking about 24 families that's affected or students 24 students 13 families

03013 families so just keeping those same numbers now and I like to play The Devil's Advocate here so what if a family they have a four-year-old now that's not in school and that four-year old is five they can enroll next year right is that what we saying that's going to be additional kid I think we're only talking about the 24 students that's the question I have is that if we're going to agree this cutting it off so no more no more but because then it opens the door of well what if this person moves in this house and this person my guess is if it's approved it's 24 individual waivers period because I think Dr Hall and Mr Brown said this has been going on for a long time right this is a past issue

031yeah so if we're going to do it if it's going to be agreed by ISB and agreed by us and written up by our attorney 24 do we phrase it like that that's all I was I think we should because at some point Stager collecting and we're educating right but it's a mix so the way I understand in one of the fii is that we have 24 but there's other kids in that subdivision going there so it's too hard to break but I'm just saying just stick with that those 24 well here's my because they're here and we don't want those 24 students and so 13 so 13 families and again giving the scenario the hyp hypothetical scenario that if one of those 13 families have a 4-year-old that's ready to enter school next year

032are they not allowed to to adjust okay okay that's all I just wanted to throw that out so it's clear because you know we talking only talking these 13 families but that number 24 could possibly be challenged by these 13 families you know my kid what about my kid here I'm still the same family but now this kid is so so we want to stick with the 13 families and the 24 children and I think registration specific just to the 24 students bring the families in you start to confuse the issue so just stick with the 24 students Curr en that's currently enroll and that's how we going to frame it that's what we're going to have you kind of share those numbers with is okay and I think registration has to understand that that

033entire hook whatever you want to call it that list of addresses should be on there and whenever someone registers pulled so that they know exactly who it is and that not a new family that moves in accidentally comes here and they should go to their school that they are supposed to go to you're right because we don't want because this is what it's for so the it just look in there to family these 24 students we should be one of them and as they register highlight them off so that we know yeah so we're going to be working with registration we're going to work on sending out a letter and contacting those families this week know as soon as possible about the information and will so I heard no objections right from the board that's

034that's the direction so the only question is if ISB hasn't approved it now how are we approving it how how do we so we're we're okay with right moving forward but how does that happen what if they say no in July or August so we won't even we won submit this we can we can't submit it at any point but it doesn't get forwarded to the general assembly until October okay so we are we are we can do our own thing right now we are doing our own thing right now okay we are proceeding on the Assumption we will be proceeding on the assumption that will be approved to the extent that it's disapproved that you know for all purposes we essentially are in violation of school code that's the that's the Devil's Advocate part

035of it okay so we we said this originally at the last meeting that we would do this for the next year because it's going to take time so after the end of in October or November or December General Assembly I mean you might as well shoot dice right we have no idea what they're going to do and if they say know then they'll know and and and that's it or what are what are the consequences what are the legal consequences of the district legal consequences are that we would have to consider potentially charging students and is that discretional on is that our discretion of what we charge of course it's your discretion but again have sorry meaning we could charge again thinking all the way to the end if you had to and there was

036nothing else you could charge a reasonable number that was not that would be for anyone ever coming to all right there's another consequence it could go beyond those 24 you're setting a precedent if you do no I'm not saying P the 24 I'm saying for if you do you're setting a precedent and somebody would have an argument that you did that for those students and so we we can have that it's up to isby in the general assembly so if they say yes fine they ride it all the way to the end if they say no then our families have a little bit more notice gota love it gota love it so so it'll be you Eric our Cil that will take that action do what Dr K kogin needs to be part of a

037Spoke spokesperson for the district and two uh this is all going to be written or do you go before the general assembly no so it's all so we can take a bus down there and be right there to hey no hey I've done that I've done that for my 9 to5 whatever I'll rent the bus all right no there's a formal procedure whereby all school districts that are seeking waivers submit a a report um or a request I forget what the date is it's I August or September or something like that and then it goes to to the general assembly in isby waiver report in October okay and so so okay and so there's no lobbying in in Springfield or anything like that like we will likely be one waiver request amongst a whole group

038of waiver request from other school districts for for any other possible thing you may recall like the only other time I'm familiar with tuition waivers is in the past when a staff member had a child that was attending the district used to be you have to request a waiver to allow those children to attend tuition free if they lived outside the district so like all of those went to the general assembly at one time for every school district that was requesting that and there are likely other waivers of School requirements that will go the general assembly along with the same same time that ours and that's the proc well if you there are there are some things that we will need to do internally we have to have hear mhm um but we'll get there

039okay U the only the only question I have it's the same thing I did when the kids came here to from the high school wanting to change a dress code have to be extremely descriptive on what inform telling them exactly what what's happening so with our attorney make sure that when we send something out this is what's going to happen and this is what might happen they just they know today in May of 24 you know could be a positive thing could not but so they I don't want to not someone say we didn't know and you know not everybody's here for that right out of the 24 kids not every parent is probably here so making sure they get a letter that there know what's going to happen what the time frame is going

040to be like when they should pay attention we're going to take the risk next year you know for the next year but after that whatever they decide you know yes we're looking at all those we're going to send a certified letter again I'm going to make personal phone calls to uh I think there was at least six families that attended the last board meeting so I still have all their numbers I'm going to call them I also know a few of them you know to see if maybe if we need to have a a a meeting about that we could do arrange something after school to to give that information out and we'll try to be as descriptive as possible okay give them hope we need hope okay got to find Hope all right Eric

041uh you haven't seen any case studies on this have you and rulings and opinions no I mean this is a really unique isario like I said the only tuition W with are you know students that are kids of Staff members of the side the district okay this is really kind of unique this is unique but but also I will say in you know my initial call with with is um I expressed that you know no one's really getting HT here I mean we're we're doing what we what this District thinks is best for the kids and the other districts are still getting their their tax money they still paying taxes they're still paying taxes they're still collecting the tax money so fingers crossed I mean in a way but we but we're willing to make

042things right as best as we could right so yep okay J all right thank you we're going to move on to the next item we're uh really excited to bring to you a presentation of our classroom uh it was our feasibility study that we've been working on uh for quite some time and with us tonight we're glad to have Amy yucas she's from brain spaces and she has done some excellent work um reviewing our our facility looking at all sorts of data running focus groups and where is she from again she's it's from brain spaces brain brain brain I know this is going to be a good present yes so she's going to share her report with us this evening and then I've also asked that um um Jason will also then present some recommendations

043but also with us this evening we have uh staff uh from the middle school they have been part of the process and then we also have some students that are available if we need to ask them questions they're here to help because they were part of our FOC groups um and they had voice at the table um throughout the process so we've got a whole team here that's here to address your questions before we begin to move forward so uh Amy I'm going to turn this over to you perfect thank you and thanks to the board and for Dr Cara to uh invite me to come and present is your work with you and present with you is her mic on is it on is it on I just need to be closer to it

044okay and hi hiding behind this huge um so um kudos to the high school uh I wish I had some time to talk to you about some community service ideas I have for you and scholarships Associated maybe later but meanwhile I'd like to uh walk you through what we did to U uh to study the utilization of your classrooms at the middle school um it was a really an interesting project um uh and I should probably back up and uh introduce myself Amy yerko from brain spaces it's um my as my teenage son told me it's BS Incorporated but yeah but um but really what we do is we look at not just the study of space but the study of how space affects us um and how we learn and neurologically and other elements

045like that so we we spend some time um uh understanding how people learn uh and also looking at space and seeing how those two pieces come together I taught Middle School at uh in the Chicago Public Schools uh system for a couple years and so I have the most respect for everyone sitting here in the room um but I can bring that perspective as well to to this analysis um first thing I heard is that there's um a a need to look at space utilization because this is a middle school model and um and utilization might be low that is typical of a middle school model when you have teachers teaching in the Middle School model they have a planning period and a prep period And if all the teachers have their in classroom then

046yes you're talking about a you know a 70 or so percent utilization of space and well who can afford to build space when it's empty for 30% of the day so that's um that's where I come in and I looked at it this is what I was expecting to find um uh but I found something quite different so I'll walk you through through what we found and then turn it back over uh to Jason to to um explain what is being done with that information uh so the introduction floor look at the floor plans what did we analyze and what are our recommendations and then any questions that you might have to for cl clarification or or further understanding of the report which I believe you all have the full report so um we're just

047going to hit touch on the high points here um so what's included and then also what is specifically excluded but essentially we looked at the room uses for all teaching stations and all all uh teaching spaces used by multiple teachers during the day um also the percent of the school day that teaching stations is uh are scheduled on average four classes of students so that's a utilization rate the uh room sizes so square footage uh of each um space and that's essentially from the paint in so that's called net square footage we didn't look at the size of the walls or the hallways things like that um and then General the general challenges and opportunities that we've uh that we anecdotally heard from our interviews and um meetings with students and uh our web based

048sessions so what we um what we uh our recommendations will illustrate those potential uh space related strategies to improve the utilization of the building that's sort of what we we said set out to do um what we what we did to do that is we had online listening sessions with leadership staff teachers um online I think it was not intended to be online but it worked okay yeah and uh building tour a walkthrough of all the spaces we also as we bumped into people um had quick chats about uh what's working and what maybe some of the challenges and ideas are student sessions we had a couple of student sessions where we met with students uh and listen to their ideas and issues and concerns um lot a lot of insights there we looked at

049the floor plan somewhat objectively here's what we have here are the spaces so we can kind of um just look at that for for for what you what you have we looked at the master schedule so that is the schedule that says where every student is at any given time during the day which room they're using um uh how big are those class classes what's being taught in there even what teacher is assigned to to that room which um we found you know varies quite a bit we looked at the education plan so not only are we able to um house those students in those classrooms but are we able to achieve in those spaces what we what we say we're aiming for educationally um and then we also did sort of as a checkin

050balance we looked at uh School planning guidelines these are National as well as um Statewide um educ parameters that guide the design and planning of school buildings so if you're too far off from those guidelines that was a red flag not to say that it's it's um wrong or bad it's just a flag it says you're different um so by by com uh combining all of things we could get a really good picture of what we have and how we're using it the things that we didn't um uh study were uh the program offerings are you offering the range of programs you're supposed to offer that's that's your strategic plan I think um we didn't talk about after school activities or Community use or Life Safety Code Compliance those are things that um that are

051studied elsewhere um we didn't look at exterior amenities do you have enough parking spaces for example we didn't look at your food services other than the size of the cafeteria um and we didn't look at the life cycle or Building Systems so as your heating system worked we're really looking at utilization of space for educational purposes what we found is um and again the detail is in uh is is hopefully in the full report that you have um is that you have 60 spaces in the building that you identify as teaching stations now I'm backing up for a minute and about what is a teaching station a teaching station is essentially a classroom but we call it some something different because it also encompasses gyms and art rooms and labs and other spaces so uh

052so it's yes it's mostly classrooms but it's also some of those other spaces as as every school has um so and I'm I'm saying that the school has 60 spaces used as teaching stations probably there are some that are small enough where they probably shouldn't have the label teaching station on there maybe um uh the state of Illinois says anything smaller than than 400 really doesn't doesn't count and you have several spaces in this school that are are really that small or smaller um that count um we also uh so so looking at that we see that half of your teaching stations are undersized or at least tight um that 92% is the uh number of classrooms that are shared by two or more teachers or two or more courses sometimes um sharing with different

053teachers say a math classroom with two Math teachers is not such a problem but when you're maybe sharing science with math that that might be a little less uh connected and um a little more problematic but in general 92% is a very very high number for the amount of um of spaces shared by more than two um and some of them are shared by four maybe five there's one um uh so just say for context the uh national average for Middle School space utilization as I mentioned before you know the prep and the planning is part of a a Middle School Educational environment uh is in the 70 to 75% space utilization that means say 25% of the time those rooms are empty and that is how the rest of the country operates I don't

054know how because who could pay for that but um but that's pretty much the national average um and for um for your middle school the uh utilization rate is 95 and just to give you some perspective high schools often reach about 90 if you're really capping out rarely do we even see a high school that reaches um 95% and here you are at a middle school you're probably um right around that aren't you um but uh rarely do we see a a middle school um as high as this so so what that's telling us is that we have um we have some tightness here we have square footage tight we have multiple teachers and multiple programs in spaces and we have a reutilization that that's very tight now we look at that and how it

055overlays on to the floor plan will'll um in case some of you aren't so familiar with the floor plan for the Middle School we're just going to show you a quick uh overview here and the site plan is up on the um or aerial view is up on the on the left but the building was built uh in the mid 7s and had some additions and a few Renovations and the the most um notable addition is this twostory piece over here um that has some of the students favorite spaces in it um and um uh so we'll look in at how the building is working um so as I mentioned before we did a map of current uses and so again if you were to zoom in on your screen is that what the zoom

056in means now uh you would be able to see the room names the room numbers how the rooms are used and their Square footages just for context so we took that information and we made our analysis diagrams which and this one is the rooms and their uses so these are rooms that are used by three or more teachers two uh two teachers or a single teacher 8% of your rooms are used by only one teacher or Pro program again uh that's that's quite low um so you can get a sense if you squint you can see the more red in there is the the more frequently used or or um scheduled spaces uh by multiple programs or teachers and then the green are the ones that are uh are are single teacher areas um we

057also did a schedule analysis and I know this is really really small so I'm not including it as for any uh anything other than to just Orient you to the the the study which is we looked at every single room uh in the schedule and in the building and we analyzed it for every day of the week every period of the day and how many students are in that room uh at any given time so uh so the chart looks like a big monster spreadsheet but uh but but the the bottom line is that this is an analysis of every single room we didn't skip uh any of those rooms and so when we look at that in in the floor plan in a similar approach as as the the last diagram that you just

058saw you can see that um when when rooms are tightly scheduled they're shown in red and and that means that they're 85% or more again 85 is a natural national average for a high school a middle school is more in the 70 75% um so moderately scheduled are are shown in yellow and then Loosely scheduled are shown in um in green and I wanted to also mention that the the loose looser scheduled spaces are typically science and I think it's brilliant of the scheduler to do that that way because it's very difficult to schedule some uh program other than science into a science room and protect all of the stuff you have in there um also for a science teacher prep also needs to happen in the space because you're set setting things up so

059so the the scci that the science rooms are more Loosely scheduled is is really a great strategy for science just to acknowledge that whoever did that um so again you can see the um the tightness of the schedule in red the last one is the square footage of the room and um the state says that uh a classroom should have 35 square feet per student um um and so if we look at the square footage of the classrooms and divide it by 35 it kind of tells us which ones are too tight for students or which ones have more space for students of course that number is different when it's a gym or a music room but we we have those numbers and and this this uh chart is a result of that exploration of

060how uh how the square footage um compares to the average number of students using that class which again you saw from that monster chart that has um every the use of every room for every period by how many students so again um this picture isn't quite as as Bleak you have a lot of rooms that are maybe a little bit tight but um um smaller than needed and um and half are the right size and and I um I think it's interesting that there's more green on here so I I said it was less Bleak but um uh but it's still there's only 50% of the spaces that are right sized so so there's some tightness here and and I think it's a testament to uh to the staff and the leadership of the school

061that they're making really good use of the space they they have because that's what you have and and it's amazing what the kids are able to do um and Achieve with within that context um uh very impressive from an outsider's uh perspective um and so we also again not intended for you to read this but just as an illustration of we looked at some of those things that are less quantifiable and more just sort of anecdotal this this hallway is too tight or um this wall has acoustical issues and you know sort of anything else that we heard as part of the process is is documented here as well and and hopefully is useful to you at some point um uh down the road and I saw a hand up back on the prior slide

062so the rooms in the red it is that for all s all periods during the day or do you get into the red category B because you're too crowded for one one period day it's an average of all periods of all days okay so every day because it's a drop rotation schedule every day is a little bit different um so we took all of the days and all of the periods and didn't and did an average okay so yeah there there may be more red if I took period two on Mondays versus you know got it period three on Fridays yeah and a lot of that is included in the report in the appendix so it doesn't bog down the okay the rest of the document so so the the recommendations and and you'll get

063to the um the fun part here in a minute but the recommendations um are listed here and because their recommendations they uh they can be um implemented in a number of different ways so if you look at the report we showed one way that that might be implemented and here in a minute you'll see other ways that that that that could be implemented but what you're seeing here is that we really need to add six to seven teaching stations at a at a minimum um classrooms would be good uh to reduce the utilization Factor down to a more reasonable 80ish percent um that's still a little bit high for the national average but your staff is used to it and they're really good at it um and I think it uses the facility in a

064very efficient way um the convert very small classroom spaces uh spaces that are currently tagged as classrooms to other uses like a conference room testing space offices um there's a couple rooms listed here and I and those of you who know those spaces know those spaces um uh and and there's a few more in the and and some of those are not just small but they're awkwardly proportioned or shaped so um so those if we could if we could convert those by adding the other teaching stations that would be that would be good um designate the existing plus or minus six of these classrooms that are less than 600 square feet uh as capped at no more than 13 students again that is a state of Illinois guideline it's not a it's not a directive

065or a code it's just a guideline so you have some flexibility there but recommended that they you know they have good reasons for these things that that if you can cap those uh those spaces would be good um there's the upper gym of that includes that's right above the locker rooms the locker rooms are underused um there's some challenges there because of level changes and and and and flooring and and things but um the upper gy um and possibly the locker rooms could use a refresh to make them more usable anybody agree on that and the students yeah um when you said make them more usable make them more usable for the purpose of locker rooms or make them usable to be used other than locker rooms so my thinking on that and this is

066my opinion which I think I was hired for my opinion right is that um the upper gym is it is would be great to keep it used as a PE space but the flooring is wrong the concrete you get shin splints from that you know that that it the atmosphere isn't quite right there bleachers are up there which is fine but um retractable bleachers but um they kind of get in the way so if uh if you could make that space at least a better Sports flooring a resilient flooring you could do PE up there um in a in a Kinder way um the the locker rooms uh anybody here like to use locker rooms no see nobody uses them um so uh we see this all across the country that locker rooms are being

067transitioned or renovated to be something else um there are some um PE staff offices down there which I think are being used um and those could be maybe reconfigured but there's some of the shower rooms for example are being used as storage rooms um but uh very rarely do we see middle school middle schoolers or middle schools including Shower rooms and locker rooms for for PE these days um the space down there is probably the size of two or three classrooms not the most beautiful space there plus you still need to keep the PE offices somewhere and storage somewhere so um it might be possible to add a classroom or um or even Teachers Lounge or other kinds of spaces in that in that area so in short that was a really long answer to

068probably repurposing okay um so the the one of the other things that we looked at is um that would be Ena that would enable this 6 to7 teaching stations is the number of students that are um assigned to uh classrooms teaching stations not including PE because that's those are really large but um is if we look at the average of the entire monster sheet that analyzes every room your average class size is 21 not including special ad of course um so by adjusting that to 22 slightly larger class sizes um it would fre up your schedule quite a bit it's it's never an absolute of course it's an average so some classes will have 15 and some would have 25 um and so hopefully you can align those larger classroom class sizes with the larger

069class rooms um uh that's not always possible but a simple shift uh in not a simple a um a small shift in the number of uh average number of students per class classroom uh from 21 to 22 will save you a couple of teaching stations the calculation is from 38 to 41 or 41 um uh are needed so [Music] um the the detail and the explanations are all in the um full report um if there's no more questions I want to turn it over to Jason who has some ideas of how to implement it and this is with no change in Staffing levels no changing to no changes to staff one of the things we specifically excluded was uh an issue of of Staff one thing we did hear however is um that there's some

070flexibility of staff that may let's see may have a day a week where they can't come in which then causes um another teacher to use their space so you know it's it it it sort of el the individual complexities of Staffing can cause some classrooms or teaching stations to be used by more than two teachers so that's a fact of life in an organization like this but um but that was brought up in one of the insights that we heard during our listening sessions it's good question you have your mic thank you Amy hello again everyone so excuse me after working with Amy and brain spaces I'm here to present the recommendations that we have for the middle school here at creep um go ahead second slide here I think Amy did a great job

071explaining this so I'm not going to spend too much time talking about the recommendations next I'm going to move on to and focus on the addition that was added most recently at the middle school this is a rendering of the first floor of the Middle School um you're GNA see some red lines here uh also red lines here and red lines there those indicate the removal of walls or the current structure um if you're familiar with the first floor in the addition this uh area gardening most of the red lines is thank you so much Dr Cogan I want keep it by the electronics my apologies um I referred to this I don't know the proper uh name of it but I call it the open Auditorium um do you have anything else Amphitheater Amphitheater

072okay so what we're looking at is we're looking at uh renovating the amphitheater on the first floor um the wall on the Southeast corner of the building I'm sorry and then also right here a little bit of a bend and when I can get to that on the next oh sorry that was the second slide I jumped jumped over so this is the second story uh very similar um Amphitheater carrying up to the second floor with the stairs um similar wall here and a similar wall there so we take those Renovations into consideration and move remove those what we propose on the first floor is two additional classrooms in the area where the amphitheater is currently located also with the possibility most likely installing Lockers in this Corridor right here okay in addition to those

073two classrooms we're looking to add a third classroom on the first floor right here on the south corner of the building okay now two other small spots they're currently Lo uh labeled as otpt or uh but they kind of mirror the rooms that we currently have right now in this area right here there are lockers and lockers okay so the plan is to remove those lockers from there place them in the corridor right here with the additional classrooms that'll give us two additional small workspaces um on the first Flor floor and then also what we're proposing is to straighten out this line make it more of a not a round curve but then we're also going to wall off here a portion of the Rotunda and that's going to allow for uh teacher workspace that'll

074free up the teachers they'll have their own space to work when they're on their plan period currently a majority of the staff is working in this professional development area that is mirrored on the first floor and the second floor the issue with that being is since there's a lack of space a lack of uh areas for the teachers when they're on their prep period or plan period Then it reduces the ability for them to meet as teams and hold professional development sessions in those areas so um that is the plan for the first floor any questions regarding the plan on the first floor the total number of first floor three classrooms on the first floor two additional small spaces and then the teacher work room right here in the rotunda well Jason you mentioned you

075first started your presentation about the amphitheater so you said renovating So when you say that I'm thinking that you're going to keep the amphitheater you're just going to do some additional work to make it look better or whatever so now it sounds like so the amphitheater is being done going away we're going to utilize that space okay so so everybody's okay with that right I mean the the teachers are we're okay presented to the school leadership team St in the student all right CU we invested in money uh at the same time we built the new addition to do some things with that ampliative so we okay with that we okay with the locker room disposing of those not renovating locker rooms is gone so far I hear in this presentation is it a locker

076room president Brown is trying to steal my thunder to be honest with you right now so I just but the other heing Locker that's I I have I but then the other presenters mentioned the locker room lock right but the other presenter I haven't got to the portion where I'm address the locker rooms in the upper level I'm still in your thunder and rained a lot today okay go ahead thank you sir right appreciate it okay so are we good with the first floor so far okay so on the second floor here uh what we're proposing is three classrooms right here okay on on the second floor um then we're going to have an additional classroom here giving you four total classrooms on the second floor so between the first floor and the second floor

077we're looking to add seven full-size classrooms okay mirroring the design that we also did on the first floor we are going to uh also create those two small rooms right here that can be used as Administration designes once they get to schedu in and they have that available space like I said it currently mirrors the spaces that are right here we heard uh loud and clear from the teaching staff there that they will not be glass walls so we're going to make sure to um not make that mistake again and then similarly we're also going to create another teacher Spa teacher work space here in the Rotunda to give them more uh room to work on their planning period um they have their off so we knocking down a wall or something at the ret

078no actually we're building a wall oh we building yeah we're building a wall right now it's just a big circle with the glass we're going to put a wall there with a door and then Stu uh staff members will be able to go in there and um work on their private period or the plan period I'm sorry now why why don't they want it to be glassed excuse me I believe it's a safety issue correct what's the what's the safety issue uh I mean primarily right now with active Shooters and things like that when you got your run hiide fight to barricade class okay understand that's primarily the concern that I've heard is that correct absolutely okay thank you uh so um that's the plan for the second floor like I said in totality seven

079additional classrooms four smaller I want to say I don't want to say offices but ancillary rooms to be used and then these uh teacher work areas that I know I touched about talked about it on the first floor but then that'll help alleviate some of the crowding and what's currently used as a professional develop room and where they're meeting on their plan periods right now so ideally teachers on their prep period period will be able to move in this area freeing up the professional development for your team meetings uh course team meetings things that they have since they share a c and plan period throughout the day so those ancillary rooms are are they over 600 square feet no they're uh very small like I said they mere the ones that we currently have um

080principal cre says what do you currently use those for right now there's not enough of them so small group for examp instuction AVU okay those related okay thanks principal just for clarification um if I understood properly the program that we're putting together brings us to 80% utilization where the State average was only 70 to 75% what kept us for aiming for that average or achieving that average in this plan I would say you know uh we are currently keeping the current level of programming which is the middle school with the IB model so that is very important um also due to it Financial constraints things along those lines in terms of adding more classrooms we did look at adding um a classroom um right here but then that affected the main traffic of the exit

081door so that kind of causes a problem even when we looked at putting on the second floor we kind of ran into some mechanical right here so I know previously there was a plan to add you know two classrooms here two classrooms there after we actually kind of looked at it we were running into some areas like because that's a heavy uh exit door for the students and the courtyard is still there right yes the courtyard is not touch right no the courtyard and and yeah this is just the rendering of the addition the courtyard still there in the middle of the school okay thank you uh one thing that we are looking into here is uh this was suggested by our uh furniture company uh vendor Frank Cooney these are what's called mute boxes

082so um we're looking at possibly putting these into the Rotunda workspace for the teachers that way they can have some form of privacy depending upon where the final measurements come on you can see some of these are double some of them are uh single and um so we're looking at acquiring some of those so when teachers do have a plan period they have privacy to make phone calls grade papers and have confidential conversations while they're in that open workspace area I just look like a phone booth like a like I used to use to call my girlfriend with you know I think like how we were talking about children's toys prior to coming in here yeah some things are making a comeback in society that's all right um so um give you a brief time

083frame and before before I I speak on that Amy did bring up the upper balcony and the main gym and also the locker rooms so currently uh through the study we realized that students in the Middle School do not change for PE uh furthermore we found that when competitions are held with visiting teams they generally come they always come dressed in their attire same thing with our students when they visit other venues they get dressed uh at the school and then they go to the visiting uh location so with that being said um one thing that we did notice was the a need for storage at the middle school so we're looking at removing the lockers and the benches from the locker room refinishing that area with new epoxy floor and that'll free up some

084storage that the building staff can use and um better utilize the locker rooms and not appe those uh PE teachers offices also we found out that students that do compete in extracurriculars whether it's Sports uh activities like band and such they generally drop things off in the locker room and uh they're not very secure so we identified a portion of the locker room that we can cage off where this uh PE staff will be able to lock those belongings up and secure them when students attend a regular scheduled classes just a quick question on the locker rooms so you're saying our kids are dressed when they go to another competition vice versa yes but is there a locker room still that they're going to be able to change in if you're you're not eliminating it

085you're just changing and making smaller better are use of the space but it's still going to exist yes cuz the showers don't make sense well actually we're um we're following uh the plan like we saw with the concession building uh for the Sports plex at the high school is that uh in Li of showers what we're going to do is we're going to cap the plumbing uh and replace that with changing stations for students so they have a level of privacy and because that part of the building was built in 1976 correct M yeah that's original part of the building so um like I said we're going to use uh remove the existing lockers the existing benches finish that out put a new epoxy floor down and then also there's a path I want to

086say between the the men's and the women's locker room that we're going to cage off with a key that allow for students to put their belongings throughout the day and they need to come retrieve them at the end of the day that's way not just left in the open or taking up additional space um as far as it goes with the uh Upper Deck balcony and the gym what we're doing is we are looking at um installing a mult mul surf uh multiport acrylic surface that surface will allow for a much safer um use of that area um it's currently going to be lined just as as a pickle ball court but obviously with it being a multi- uh Sport acrylic surface that's going to still allow for the bleachers to retract and come back

087so we're not going to lose that space that's ever so important for school assemblies and things along those lines um but it will provide a a safer uh surface area for the students to enhance their physical education um and hopefully allow the teachers to utilize that area um and plan for it better with their curriculum um so those are two uh if I address the locker room issue and the upper deck balcony do you guys got any questions about that okay all right so just to take you back on a time frame of this entire process um and O October 2023 dialogue began with brain spaces uh regarding the classroom utilization at the middle school um as Amy uh touched on previously on January 23rd they conducted a virtual listening session with staff and administration

088then on February 2nd uh she came out u in person and conducted a building walkthrough on a regularly scheduled school day she met with focus groups that included students and staff um in order to communicate this and include the Stu the staff and students in this recommendation and the decision uh we requested to meet with the school leadership team we did that initially on April 9th um and presented the plan to them we answered questions and at that point we asked the school leadership team to share that information with their staff members and we asked permission for us to come back at their next schedule of meeting which occurred on April 23rd um I don't want to jump over the student group because it was truly a pleasure working with them on April 22nd and

089hearing their thoughts about the renovations and not only the renovations but also the current state of the Middle School due to the overcrowd teachers on carts um after hearing the students out um we answered any questions that the school leadership team had on April 23rd great meeting uh very very welcoming environment over there I love going over to the middle school and then uh on May 1st uh we were invited to attend a staff meeting where those questions were uh those questions were answered by principal cros and pretty much myself Dr koganes Mr surma Miss Perkins we made ourselves available to any questions from the staff um and we weren't we didn't have any and I think that's a testament to the process that we put in place working with the school leadership team working

090with the students and trying to meet the needs of the recommendation from the consultant from VAR spaces so uh as far as time frame goes on construction this summer we're looking to do the locker room Renovations and the upper deck Renovations so those will be ready for next school year um we're also this was previously approved uh in January by the Board of Education we are removing the carpet and the corridors of the older portion of the building and we're replacing that with tile so that's what's going to occur at the middle school this summer uh we're looking to uh advoc at the middle school this summer The 2425 school year we will begin the design phase possible exterior uh construction then during the 25 26 school year uh that's when the building construction phase

091will begin and August 26 um that's when we'll be welcoming our students into the brand new classrooms and the renovated facilities at the middle school um any questions regarding the time frame Nel well not a time frame but we'll be adding two classrooms that are on the exterior of the existing building everything else will be interior to the existing structure is that right yes sir okay well I I just want to somebody ready say something no I just want to say kudos to I mean I I just heard almost like a perfect approach to a project involving all stakeholders getting input from all involved and making it happen I this was I was like I'm just listening to you I meant Oh I'll this I'm I'm just blessed to be part of it honestly I

092just are here and and you know which I'm sure that she got from you so it's just just a pleasure I am I am I am very pleased for what I what I hear very pleased I think sorry go ahead no just for clarification the teachers and all the union everybody was was good with this as as put together right you guys about to turn it over to them so you can hear from them a nod you guys were all good with this I actually like to bring Miss Simmons up and I was just asking I thought it was a good time to ask I'm seeing them here I'm like come on Miss Simmons come on up come on do you likey come on don't be shy now those we're great that's that's this is

093this is this is excellent this is exactly what I this is how be everybody involved get the kids involved this is [Laughter] good I have to stand here okay so those green spaces that you did see on the uh presentation just so you know um Amy had said those were science classrooms they are however when those classes are open they're really not open that's where the team meetings are held because that's the only room available that's left um for when the kids go to their specials gym art PE those those types of classes if there's anything that they missed or they need extra help we're pulling those kids into Flex Friday or that kind of time and we have to use those sign rooms cuz that's the only available um Outlet so yes they're green

094but they're still being used right yeah do you have specific questions for for us again I don't first What in in this plan what excites the students the most or say any anything that you'd like to say are any of you in sixth grade this is Isis so so you might get to experience it nobody else is going to stick around right um I think getting rid of the ample theater because the sixth grade well the students in general aren't allowed to use it it's more just kind of there and I think there's kind of a waste of space so I think it's a good thing we're putting classrooms there and there's not just space there what would you use it for when you say that you are not allowed to use it um I'd

095say we could use it for like maybe we add a period during the day where we can go there and study instead of like Just Having Eight periods in a day um maybe adding one you dance do things good job um I'm really excited for the new classrooms because um I'm a seventh grader so I'm in the um Wing but some of my classes since there's not really enough classrooms for me to be in there all day my reading classroom is by the eighth grade hallway and I have to go all the way across the school just to get to reading class um so I think being able to have those new classrooms would be really nice and especially since all my lockers and my stuff is usually there um it's really nice to be

096able able to not have to walk across the whole school and sacrifice being able to go to the bathroom or getting stuff from my locker um just so I can make it on time and not be tardy excellent very good oh and not tripping on the carpet I'm excited for the new tile that's funny young man what are you excited about I'm very excit there you go I'm very excited about getting teachers off cards and adding more classrooms because when teachers have to go from one side of the building to the other side of the building especially with all the foot traffic going on um it deduct this it deducts classroom um and education time like time spent for learning because teachers have to travel all the way to a different side of the building

097just to did did Mrs brag give you that to say very very well said very well you taught them well very good very good of kids we had a really big group of kids participated in different s bra to come you yeah thanks for coming thank you yeah oh wow yeah yeah I'm excited for the um teachers who are on carts because this will actually um this yeah this will really help um getting them to the classroom especially if there's going to be more classrooms closer together because um like teachers on carts like I have a Spanish teacher she's on a cart and um before lunch we're in one classroom and after lunch we're in another so um sometimes it will be hard for her to get from like one side of the building to

098the other side of the building and still like be here before we all get there and yeah be there to teach us I guess yeah Alexis brings up a good point I'm in Reading intervention and luckily the reading intervention teacher is her advisory has a second teacher in there so she's able to leave early to go to the classroom she's with and luckily the classrooms are right next to each other so she doesn't have to go all the way across the building in order to go to the next class they're literally right next to each other so it's not as hard to travel because you're just going to the ne the class that's exactly next to it wow um I'd like to add something else about the sorry I'd like to add something else about

099the carpeting even though the um carpeting in the hallways is going to be getting removed um the carpeting is still in many of those class CL rooms that are still in that area and um like the same thing that happens out there with like the bubbling and stuff in it it still happens in those classrooms so even though that's not getting changed now but it probably should so well I I can tell I can tell you glad that you're that we're moving a carpet when I was in high school they told us that having carpet in the school was unhealthy so I'm glad that it's that was only a couple years ago right only a couple years ago um and then i' like to touch on the locker Renovations which I'm actually personally really excited

100for and I think a lot of the people that I know are really excited for because I do a lot of after school um activities and I think also with the new classrooms it would be really nice to have a place for the activities but I usually just um and sometimes I don't do like sports where I need to change or leave the school but I usually just take I leave my stuff down and then I go to that activity and this space and I just set my stuff down in the locker room instead of trying to open a locker and put my stuff in or and then when I do would have to change to leave the school I would do it in the bathrooms as there's not really you wouldn't want to change

101in the locker room and I notice when I look around that everybody is just setting their stuff down and leaving the room so I think it would like really nice the storage would be really useful since nobody really uses the lockers and getting rid of the shower space to just have a changing space instead of um running to the bathrooms and then coming back to set down your stuff are you uh you guys taking notes it's all being recording record very good very good thank you very much yeah thank you good job well done represented the middle school and all the kids very well very well this is this this is a case great good so I I do have a question for Amy um and I'll preface this by saying I'm big proponent of

102the IB curriculum but was that looked at or how you know do we need more space because of the IB curriculum or is it the same I just more out of my curiosity yeah no a really good good question Keyes for I are little smalles GRS en larger presentation spacei um I think wased iy okay thank you so Jason I would just like to ask the question it was stated earlier about the utilization component of this presentation about some things that were not looked at and one of those things were or was the safety component compliance Life Safety so our architect is involved with this obviously right so you said the design phase is going to come about shortly yes sir right so can that change the Dynamics if he come across things that would

103not lend itself to the safety component of the project could that change the Dynamics possibly of a room where it can go or what we can put in as our architect he feel confident that these seven rooms can be added in has he kind of looked at that a little bit but just not being shared they did look at you know the building uh the bathroom locations to make sure we had an adequate number of bathrooms if we add those classrooms within you know within a proper distance and things along those lines I actually think the addition in the um the Second Story will help also with traffic flow right now because the amphitheater the students can't necessarily they don't come down those stairs due to it being a safety concern so I think this

104will really enhance the the safety and one thing I would recommend also is that when we get close maybe sooner or later that your team get with the village of University Park and they may have a say so and some cods that we may not be aware of because we're not stand we're not just a standalone and we can do what we want to do it's building we're not subject to Village cods I think that is a a false statement to make so you may want to look look at that if I understand just side I think we're we're Bound by isby and Roe mandating because you're educating a child but but no I I and I think I want to get that article because I thought they superseded meaning you're obviously not going to

105allow them to do something that's not but I think be honest I think ISB and RI I think they're almost above yeah they're that's what that has been put out there but there was a case I think up north of one of the schools where the school district built some type of bleachers for football stadium according to how they felt they should be built and that Village came in and said you know you didn't do X Y and Z per R code and it went to court and the village The Village wand and saying that no you don't have a standalone school code when you build a school or portion in a building you're not just all along by your rules you have to adhere to X Y and Z of the village too so

106that's a case study been out there I still it was something like that you recall something like okay so I'm just saying you know it just LS itself to have a conversation or talk to your team behind door closed doors or something to find out exactly if we are a standalone for sure but it behooves us to look at that case study or something because you know if a precedence is out there set that usually kind of drives things so yeah that definitely we'll definitely take that into consideration um not only do I want to thank the students for coming I also want to thank the parents for bringing them tonight and making yourself s available one thing that's coming out of our strategic planning is you know enhanced communication between parents and a school

107district so I sincerely thank you guys for coming out and making your children available for this presentation this evening um man we got these wonderful face yeah you can just keep that up there for the rest of the night so if if the board doesn't have any other questions of our of our uh stakeholder group it's been a long day for our staff and our students and so I want to make sure that they can feel free to uh get up and uh go home home cuz tomorrow is a new day anyway thank you all for coming tonight thank you thank you everyone excellent job excellent job well now nobody wants to stay I know they could I think we just got Die Hard Mary still W she stay with up to the thick I've

108never seen you leave early Mary Mary Mary we have close session and when we come back you still [Laughter] here what did you say I would too I'm sorry I thought you were that was very good good yeah okay we wait for Nelsa to get back before I proceed or no yeah he's coming he's probably doing this on purpose okay all right um so with that being said uh now that we made the recommendation for the Middle School uh um it does flow into the short-term facility plan uh B that uh Ken Surman introduced uh some months back so I'm going to show you guys just run through some updates with that with the numbers and things along those lines um Don can we get that in the the full screen mode for me please

109thank you is this actually on the agenda missing something number three oh I just didn't see short term he put three years okay S I just didn't see the word shortterm here yeah okay working on the logistics of that I'll get better and tight for you short term means three years okay around here yeah they fly by so I can't believe it's may already okay so um this is the a short-term facility plan uh with some revisions originated by kerma um this was laid out um I actually had the pleasure to come in and and work towards the end of this but this is much of the life safety work that you spoke of earlier that we were addressing in the elementary school is the addition um to the high school and the updated short-term

110facility plan uh we did update the contract balances for the projects uh at the top um currently the outstanding projects uh Bora CSK and Creed Elementary still working on cutting on the chillers and doing all our test and balances with those so that's probably a majority of those amounts that are available and then we have the amounts for the high school um you have the Cosmetic renov uh cosmetic improvements and the classroom furniture at uh Bal moral same thing with CSK creep we have cosmetic uh improvements classroom and previously approved uh roof repair that's going to happen in over a three-year phase Moni will be also be in classroom Furniture cosmetic at tala and cosmetic at ELC um you can see the updated plans for summer at the middle school and then we have our

111plans for the summer of 2025 which I'm not going to get into too much because nothing really changed with that and then the summer of 26 in totality we're looking at a total of investment slightly over $49 million okay um we have we have we we haven't agreed with we haven't this is is this new am I missing something no I'm missing something okay Carry On okay um so here we have uh was previously proposed to work at the elementary schools um these numbers stayed the same with the exception of cre Elementary upon review uh I did notice that there wasn't a contingency there was a contingency built in at 20% for the renovation work at Creed Elementary but there wasn't a contingency built in with the roof and I I just think it's best

112to plan for uh contingency with that so I updated those numbers to to 20% um and you can see the contingency line for the summer of 2024 25 and 26 um nothing changed the CSK the ELC Moni or Talala um here we have the middle school now in the original presentation by Ken we had earmarked $4 million just a rough estimate at that point we didn't have a u a cost but now that we do um inovations that you saw for the seven additional classrooms two spaces uh the work to the Rotunda um that's totaling just about $4.9 million so about $900,000 over our original estimate um the locker room storage quote we have from bear construction and then the gymnasium balcony res renovation we also be working with Burns and Jones who we previously

113introduced with the work in the great reference checks for the Sports plex at the high school uh um we do have a line item in here in the summer of 25 uh $200,000 for furniture at the middle school so um that number still be flexible maybe address the carpet in the classrooms but we did hear that they also want furniture too so as you guys know these things um have minor tweaks to them um High School nothing really changed there go back real quick to the Middle School the 2 million is that on the 1976 portion of the building the 2 million at the top yeah yeah the 2 million at the top was previously uh included and that's specifically to address the rooftop units at the middle school but on the existing portion probably

114not the new addition portion no now well no the yes the existing I'm sorry about that and then one thing that we will check um is you know we will look into the rooftop unit on the addition just to make sure that it's you know it's the proper unit to properly cool and heat those at sep condition so I know we talking about a short term plan but when we talked about these tiffs and that a certain amount would come in from the Moy and the UTP Tiff a portion of that was supposed to be set aside for the prevented maintenance on all of our buildings so I just want to make sure that when we have these presentations whether it's today or next week that I want to see where the line item is

115at just because prior to me coming on the board I mean there W there wasn't things like that being done the way they should have been right so Ken and I have talked over the last few years and again the high school floor you know the gym floor has been redone and we're going through as we go but I want to make sure the facilities we just renovated and all of our existing we take care of them yeah and i' I've heard that loud and clear I was actually speaking with Mr Johnson about that previously you know we're estimating that Tift to be between monia and University Park roughly about $6 million correct obviously some of that's going to be used to uh um fund these projects um but I've heard you loud and clear

116about preventative maintenance when I attended the iasbo conference a lot of my sessions were uh operations and I've got some contacts for preventative maintenance um also Mr mle's uh main goal for next year is to develop a preventive maintenance plan for all our buildings in the district just because everything we're spending our money on and the taxpayers money we want to make sure we take care of it but yeah and I agree with you like I well I I can tell you you know our goal for the many years was try to put $2 million in pot but we never could get there we never could get there and I think we will be to be honest with TM program and build us right yeah you know what what good is is it to have

117all this new stuff and even old stuff and we're not maintaining and we back to square one well for someone that started their employment in here in you know the 0708 school year I I honestly saw what didn't get done around here so thank you to y'all for finally addressing that so yes we do have to continue to maintain it um not only with preventative maintenance but you know uh as I said our newest building will be 18 years old next year so that's something that we really need to start planning in the roof replacement over a three-year period and the parking lots I mean that's all part of that budget number but I mean as we can see the stuff will break down and we just have to make sure we're I mean I

118I understand what 10 buildings I think it is so 10 buildings is a lot to maintain I think we back to yeah we kind of right district office so that's a lot to take care of but that's why I want to make sure that's in there because again we may not be able to do it once but a three-year roof replacement is fair is that you just do it in sessions like that yeah and then put it on the schedule like you said the parking lots the roof to make sure that the you know the univent and everything that we had the filters are getting changed properly so we don't burn any units out yes and like I said uh Mr McLean and I just had his evaluation meeting his goal for next year is

119to develop that preventative plat plan with assistance so that um the timeline that you put up um I know for the high school Ken unless you change you all Chang it back like it's suppos you I didn't see anything in regard unless the next slide is going to show anything in regards to the parking lot um and it was supposed to be done now in one phase instead of multiple phases with the with the baseball softball fields All That was supposed to be done in the at the same time he he said um I I let me take a point to clar ify that the pavement yes we want to do the pavement at high school all at once with consideration that a lot of the construction traffic is not on the new pavement so

120we're going to work with the burns and Jones to schedule that correctly um because I get that I'm more referring in thata in this case I'm all referring to the baseball softball fields being on campus that you have it the way it was supposed to be originally in two phases but um since to Hast said several times since for it to go that it can now go in one phase and not into two phases yeah I think we're we're kind of speaking the same thing we'll start the construction in the fall complete that for the football season and I believe that's yeah fall of 25 we will play our first so then spring of 26 spring of 26 we'll work on that but I think you and I are on the same page with that

121okay yeah we want to wrap it all up at at one project yeah and just work the logistics of the construction out yeah we're on the same page Dr Hall with that um okay so um just to kind of go over the proceeds for the short-term facility plan uh initially uh total proceeds were uh $83 million that were taken out um we kept $6.2 million in our fund balance um and then uh uh we issued more bonds total proceeds 26 minus the the uh 6.2 that is left in fund balance leads us with a proceeds of available of around $20 million from previously issued bonds and this is what Mr surma explained in his previous presentation now the one thing that we're looking at here and I know we talked about selling the alternative revenue

122bonds after we know that the resolution has been passed for the University Park Tiff um and also kind of factoring in hoping interest rates go down but in the previous plan we looked at a a yearly payment debt payment of $2 million right now it's been increased to $2.25 million um and bringing a total amount to 29165 um and uh the carpeting for the Middle School corridors will be reimbursed through Esser funds and then we also were awarded the small school maintenance project Grant in the amount of $50,000 so ideally the entire uh carpeting at the middle school will be funded through grants giving us a total additional proceeds of $30 million 20 that is left over with the new 30 will bring us right around 50 and as I said earlier we're guess we're

123estimating a total project to be about 49 Mr swales so when would we have to borrow the bonds like approximately first quarter of 25 um we've had some communication with Bob Lewis our representative PMA uh Brian and I are actually going to meet with him in June because um he brought to our attention and I'm not going to speak to this too much but maybe selling Bonds in twice that would allow us to avoid Arbitrage and have to pay back some of the money that we earned uh the interest on those bonds so we're going to further that discussion with him but I'm going to ask him to come and present to you guys once we have that discussion and we're still looking at the time frame of either issuing bonds half of them slightly

124earlier and then uh other other half in around February of 25 so a little bit in the fall you know November of 24 and then possibly the other half in February 25 and can you guys ask him so obviously forecasting the interest the interest rate game is is is the wild card right now MH they were supposed to drop the rates three times this year it's May and they haven't done it correct they haven't done it and we got election coming up right so the question is is can he forecast from PMA um what is thought you know we obviously taking their advice on what their thought is on whether it's going to you know what they yeah we definitely keep in mind you know this is I think the the the good thing is

125what we've been showing you is that rates have remained steady so that is what caused us to go from the $2 million debt services to the 2.25 with those steady rates um hoping that they don't increase because then that would cause not work in our favor um but I'm hoping that they do go down maybe one or two by the time we sell bonds and then we can keep the amount the same and then bring that down the hope is it comes down one or two more times at least yeah at least one or two times this year so I just want to make it clear and for the public to know too because right now currently we our debt is about $12 million a year right and that was going to be consistent for

126our current debt that we allowe paying on bonds right now that was not going to change right well I think that's why I want to make sure some there it is on schedule to decrease by2 milon 10 million million at the end of 25 okay I have I don't have that amortization yeah because when we did the is it well we we we I think we stated in in public that the selling of these bonds for the addition at the middle school rooms and the football complex and all of that was going to be paid through with the Tiff money additional Tiff money and that was not going to affect correct taxpayers correct correct so because these are alternate revenue bonds they don't go towards our DP okay so yes so that schedule where we

127drop down the 2 million for our bond Levy that remains unchanged got it okay and then that that would be a relief to the taxpayers going from the 12 million to the 10 and then we have the alternative rabit of bonds to fund this project okay okay thank you thank you Ryan and Jason go that Clarity you can keep that picture back to these wonderful faces yeah so here we go um and that concludes the short-term SL threeyear uh Plan update for for you Jason it looked like you've been doing this for a while you look pretty good up there good job just about an hour but all that that you right so actually I think I'm GNA be up for two two or three more then I turn it over to Brian this been

128a wonderful initiation for us I got to thank you guys for it um this month hold on bri got a couple more then um let me grab my agenda here apologize yeah Dr Cogan heast did warn us that um we got a lot for you guys to do tonight and yeah you know okay um item number four um kind of touched down four and five that's discussion of the locker room Renovations at cre Moni Middle School um in the upper deck the locker room Renovations were coming in I believe 184,000 I think and some change 1846 and then to redo the surface of the uh Upper Deck came in at $68,000 both those amounts were included in the updated short-term facility plan so you guys did see that on the middle school so if you

129guys haven't been over to the middle school they should see some of the stuff that they are doing because I talked to Mr holer on uh last Friday but some of the changes and things that are happening the new bleachers are in the new signage um and they're excited that it it you know things are actually happening over there which is good so you guys if you get a chance I mean the gymnasium area looks a lot better and they're going to continue making changes over there yeah I need to step over I think with the with the change in athletic Direction has made a huge difference in the district so far and I know it's only affected the high school and the junior high but I think good things are are going to come

130from that I mean Mr holer is very excited Mr mu is excited at the high school I think both of them are very happy with the way things are going pushing down the element yeah and I think doing the locker rooms and the the flooring up there for them a better Space is really important yeah in my conversations with Mr keki that is uh one of his goals for next year is to increase the offerings for our K through five students uh in the summertime things along those lines so we could then begin to um you know strengthen our feeder programs enhance our interest in these programs and and offer expand our extracurricular activities also through activities for our students and talking Mr holder I know he's you know athletic director but the activities in

131the sports doesn't matter what they are it keeps the kids occupied in doing something um it keeps them engaged it keeps them involved they start learning uh you know friendships are different so instead of going home and doing nothing they're actually engaged so I think in the last what year year and a half increasing our programs has been great opport attorney thank you thank you Dr H I know that's been a vision of yours um item number forgive me here um item number six uh discussion of the disposition of furniture so at the February 20th board meeting um a contract approval was given to entering a contract with Frank Cooney education environments um not to exceed just under $1.7 million um we went around down uh room by room we uh I counted Furniture I

132counted desks I counted chairs uh Half Moon tables also referred to kidney tables I'm sorry I'm a high school teacher I didn't know the proper term for those but um and then with the help of Mrs Perkins and uh the OTL staff we put out a survey to teachers to see what furniture that they liked we compiled all that data and then we went ahead and we created a purchase order I'm glad to say that the total purchase order came in at 1 uh million I mean 1,674 61 so it actually came in about $92,000 cheaper than one was approved so got order the furniture for my house well we might not get you the new stuff but just hold on I might got some more stuff for you here you're in the market for

133student desks and chairs um so uh with that being said um we are looking to uh remove the furniture classroom Furniture only only chair student chairs student desk teacher desks um Half Moon tables um from the elementary schools um I'm presenting to you a discussion to have a surplus sale at Balmoral Elementary um basically the time frame is um summer school starts in June 17th at Moni so what we're looking to do is have the old furniture moved out of Moni new furniture assembled uh in time for summer school to start this summer um the other schools obviously due to the construction um that furniture will need to be in delivered and installed at the conclusion of construction so uh Keith and I are working with the logistics on that but in an effort to

134uh free up space and to help help us out logistically M movers will be coming in on June 6th to begin to move out of Moni and all the other buildings we're looking to a surplus sale just for those items at balm moral Elementary the reason for balm moral is balm moral and cre have just about the same amount of furniture there um but on the eth we will have the trailer um from the moving company and the back of Bal moral works out a little bit better than cre with the inflow and the outflow just the logistics of the school the back door for anybody that's interested so we're looking to hold a surplus sale there on June 8th just for those items um nothing else and then Keith is actually reached out to

135um let's go here Illinois Lutheran and they be may be interested in um receiving some furniture if we're open to donating it to them um some of the desks and uh class classroom Furniture desk student desks and chairs uh Mr Schneider from the Middle School actually took a look at the fourth and fifth grade classrooms and stuff that's in good condition we move that may move that over to the middle school because currently um we heard the the concerns about out having the chair and the desk um connected at the middle school kind of restricts those space the issues with the carpeting inside the classroom so if we can have some of those fourth or fifth grade desks raised up they may be able to help alleviate some of those concerns at the middle school

136also so that's our plan to um dispose of the current furniture aside from Dr hell there's not really much of a market offer for uh School Furniture especially with a lot of districts being flush with exra funds and being able to use those and deet them so um goad Sor will we hire an Auctioneer or um to be honest with you I I don't know if that'd be cost cost beneficial um just because so we're just going to advertise it yeah I'll advertise it in a publication we also work with K eron our district communication liaison so we get that out there um you know I think the schedule I had was from 7 to 9 UM on the eth for staff and community members and then from 9 to 11 if anyone outside of

137the community would like to come in and and buy the so do do is it best price or do you is it someone here that's going to set the prices on this stuff yeah I mean to be honest with you I just I've been looking at Ias both threads the organization we have and a lot of places just they can't get rid of the furniture so you know with us closing down or looking to separate oursel from Mo MEC um we really don't have a lot of places to store it and hold on for it for too long but I'm trying to figure when you say Surplus sale what what's what's yeah I'm not looking to make a ton of money off of I'm just trying to Dollar yeah if I were to come or

138whatever and I see it PR okay that's what more for you yeah I just wonder if it was $5 for this cheer or whatever I I'd be honest with you sir I probably be looking like a dollar an item because when we look at it I mean we probably but you have to say you have to say just for the betterman and taxpayers money that this is a sale of surplus okay okay okay okay yep any other question questions regarding that gladly turn this over to Mr Johnson all good job Chas Brian you got a tough act to follow all right I'm covering all the exciting stuff so no I'm good thanks me all right so next up is establishing a date for the 2324 amended budget public hearing um which we would like set

139for June 11th 2024 we'll get to the reasoning for that on the next item but just because we are going to be doing a fund balance transfer we would like to formally amend our budget for this current year we advertised already in the Tribune at the end of April a draft of our current amended budget has been displayed and this is just the next step of getting the budget review and everything set for June 11th so if there are any questions on that and we have to do this before the end of the fiscal year correct okay so we would hold the budget hearing June 11th and then vote on the amended budget that following board meeting on the 18th do you have to put this out 30 days ahead yes which is so we

140posted in the Tribune April 30th and the budget has been available at the district office since last week okay okay and that what was posted in the Tribune is attached to this agenda item okay thank you any further questions on that all right just one one question so we're transferring money out of our working cash f that's the next item agenda oh I'm looking at the oh I'm sorry I'm just go ahead go ahead all right so next is the resolution abating $22 million out of our working cash fund and that's to cover our fund balance for operations and maintenance and capital projects as everyone knows we've had a lot of construction going on we've been depleting those fund balances so this is just the procedural steps to replenish those funds from our bond money

141that starts out in the working Cash Fund and we just need formal approval to move that over to cover those expenses how much are how much is to remain in working cash you know um let me pull that up really quick we're not we're not drying clean drying the well l no okay I have the draft of our financials you don't have as long as we not drain the well we are not okay that's good enough for me so we would still have about $13 million sounds good in work in cash okay great any further questions on the fund balance transfer and then my final item on the agenda is the resolution appointing Jason okrasinski as the school district Treasurer isby requires us to have a Treasurer that's currently Ken surma he's retiring June 30th

142with his pending retirement we want to make sure we're covered Jason's the next man up so if there's any questions there let me know you have anything to say about him behind his back we could talk after it could be an vote next week Jason hopefully you don't have anything else to say leave well enough alone okay any any questions on any of that before we get even more exciting with insurance all right thank you thanks BR I love this hand off this teamwork this it best be good he is setting you up I want Da no so I'm here to talk about insurance you get the DJ of an award all right so I'm here with the insurance committee's recommendations of our new insurance plans and rates so as the the board may recall

143we you did approve switching Brokers away from Alliant to Gallagher um we do have our new rates from the Insurance committee uh the insurance committee was tasked with going uh examining what our current plans were and we were presented with different options on the HMO side and the PO side um so what the committee has decided on is expanding our networks that was a very large concern of the committee expanding access to Providers going with larger networks especially for those individuals that work um in south of well we're all south of I80 right now but especially South and then also East um in Indiana as those individuals experience some challenges with trying to provide um find providers so just to start off our current broker had said if we kept status quo as a fully

144funded plan we would have experienced the 12.4 in uh percent increase in all of our plans um that we did take a pass last year that pass is going to catch up to us so that's kind of uh the reason for some of the increases now um by going with Gallagher and switching to a self-funded plan with the intention to join the co-op um the committee is recommending U 11.2% increase on the HMO and a 10.3 on the PO um again those it's expanding the networks we're not reducing any benefits we're actually providing a better benefit at and a cost savings to to the district and our employees um as opposed to staying status quo at that 12.4 with our dental insurance there's a small increase that we're going to uh incur for next year

145as opposed to a nearly 30% increase if we would have stayed with our current dental provider of Blue Cross Blue Shield uh the committee recommend switching to Delta Dental at a 63 increase uh percent increase so we're talking pennies um on the dollar there um for the vision insurance we're looking at switching from Blue Cross Blue Shield to iMed at a 0.25% increase that will also provide better benefits for our employees that utilize the vision in terms of reimbursements and allowances that they get back and then the committee also is recommending providing flexible spending accounts um that is a tax savings for individual ual that are looking to have um those accounts set up pre-tax and then they can budget for their medical expenses on down the line um the cost would be to the

146board on the purely administrative fees for hosting those accounts which is $385 per month per participant um we're estimating about 90 people signing up so an overall annual cost about $546 so the committee is happy to bring you these better access to benefits um at some cost savings as to um if we didn't make some of these changes the only the only question I have because I was part of that is that at the end of the first year the next year we're going to be able to look at the flexible spending account right yeah so as long as we're not it's not in a bad position for the district then we will just stay with it I mean obviously relative right I mean it's got to be relative yeah so what Mr swall is

147referencing is you know a flexible spending account is a use it or lose it so if somebody elects to take out $500 and they separate employment from the district but they've utilized that and we haven't had a chance to payroll deduct that $500 the district is on the hook for that money the give is is that again it's use it or lose it so if somebody doesn't use it by the end of the year that money is then gone and then that's the money the district kind of uses to make up for some of that use it or lose it um annually for 2024 it's it the IRS sets the limits on what the maximum contribution is and for 2024 it's $3200 so um you know with open enrollment starting yesterday um our team was

148at the high school yesterday and was at Creed Elementary you know so there's a little bit of Interest I don't anticip ipate there being huge losses from the the FSA but we will monitor that for and 3200 is a good option TX free yep right y reduces your taxable income yeah all right okay so I'll present those for approval as well as um resolution since uh we're looking to enter the co-op we'll be presenting that as as well to you next week all right thank you great job and thank you board members both Cheryl and Bill for supporting this endeavor appreciate it okay I think that's it with you well at least your part under superintendent right admin that's all well get it well not really that's that's the that's with the admin that's done

149with the admin now we're back to Old business do we have any old business I have something okay um and I I bring this up just to kind of not not as a negative but I think last week I asked to pull something from the consent agenda and um I was talking to somebody who trains school boards m and to see was I wrong for pulling asking to pull that and I understand I have a right to do that right M but I think the bigger picture is this is our board meeting not our superintend attendance board meeting MH and at the end of the day when we have um when she she makes a recommendation we make a decision and if we have questions we have a right to ask those questions pull whatever

150we want to ask those questions or make State a case because at because this is our board me meeting and we make the decision she makes the recommendation now we could become a rubber stamp board and if she says this and we just say yes yes without anything and I don't often do that I did it once this is the first time I've done that and I feel like if I need to do it again or if anybody needs to do it again they should be able to do it ask the questions present the argument and we move forward that that's all I have to say about that I I I think the only issue is is if we're pulling the uh Personnel report off for a separate vote we shouldn't should stop discussion right

151there and plan to go into close session so we're not Heming and hawing around what the issue is or might be it just should be our standard practice we're going to if if somebody wants to pull it they they obviously have a reason something on the Personnel report let's discuss that in close do you mean not having to come like wait till the whole meeting is over then do it you can do it at the end of the meeting but think our practice should be just say I want to take it off the agenda should be we just should automatically agree we'll discuss that in close session and I think why he's saying that is because you were kind of going looking at the attorney going well what I don't know what I can say

152or what I don't want to say I think what he's saying is just cut it off right there and then we can just go on a CL and we don't have to ask you know no questions asked we just yeah on personal because at the end of the day when we have a motion right we have a motion then we second and then we we have have an opportunity to discuss things why or whatever at that point right what do for no problem with that not Personnel yeah but not but other things people have pulled I think Alex we do that all the time we give it we give the opportunity to take stuff out of the consent and vote on it separately and then we motion right and then when it comes up to

153vote on it separately we have an opportunity to talk about that just like we have for any motion that's move and is there any discussion that's the question I asked but with closed session we you know no further discussion because this is a Clos session issue we pulled it out of out of the consent and we you know motion second mov and all that stuff and then further discussions are going to take place in close session for and that's you're saying for personnel issues yeah for personnel issues is I have this is a personel issues we pulled it out and we oh you know where we got the motion I think just when you open it up for is there anything you'd like to take off the consent agenda you say I'd like to take

154the Personnel report off and I request that we discuss it in close session and then we'll come back and vote on it yeah but so so just to be clear in my Cas I I just didn't understand that process that's I don't think any of us understood I think we I'm suggesting on a go forward basis that' be the best practice and I think we can pull it off and here's the question here I guess we pull it off right and then I go come back or whoever sitting at the seat come back and say Okay can do we uh can I have a motion to approve the consent agenda with that removed okay right yeah yeah with that removed right correct with that removed okay okay and we vote on that separately and we

155vote on that separately and we vote on that coming out of closed session sep because it's a Clos session you'll announce and if it it wasn't a closed session item right if it wasn't a closed session item then we can have open discussion then we can have an open discussion and then we have a second vote for that item okay right Council yes all right A+ A+ hey okay great um and and I don't want anybody if you guys know me now I want to get everybody a voice here don't hesitate if it comes to pulling stuff out a close session don't feel shy about it you have questions to ask don't feel shy about it I'm here to hear your voice here are your concerns all right any other old business just one other

156just remind me what are the hours on our key fobs I'm sorry what's the hours and the only reason I bring that up is last Friday we uh Shire took their over to the junior high and we had a specific time you know we were going to be there and we were trying to beat the buses but getting in the building was you know I I know Mr MOA contacted Mr Schneider but I would assume are they so we have to check in but when do they work and not work so I know because I couldn't get in the building either and we were just trying to get everything unloaded before all the bus came I think can on this but I think fzy I think we during day hour it was it was we

157were I was at the uh whenever the buses come we beat the buses by like 3 minutes we unloaded the trail and everything and the buses but I don't know when their day officially starts but we were there in the back finally somebody came through but I'm just wondering when the key F like what time is it start that's it yeah and it wasn't the main entrance it was back by the cafeteria because we were trying to get in there I just assumed that the door it's I just didn't know okay it's cons security concerned all righty anything else old business um old business uh I asked about this a while back but is is summer school already um staffed and all ready to go do we know what students have been invited um for

158summer school have you know is everything and I can give you summary in the FYI but we have identified at the elementary level that we serve if all parents say yes um we are in the process um at the middle school of identifying our incoming um sixth graders uh we have hired probably about aund staff members across um to help support summer school and then we are in the process of um what students need credit Retreat and so counselors are working um with students to see who will need to be there for credit retrieval um in terms of our incoming nth graders we like to do what we call a bridge program um we are um looking for more staff members to help support that and so I met with the high school today uh

159we think that we have identified three staff members to help run of for us there we'll be able to inv students to participate I'll put inm okay cool okay thank you wait one last thing I don't know if this new business old business but I kind of get frustrated with asking for stuff and not getting it for example that door up front which should be unlocked they have the main door it's not unlocked well it's unlocked there's a second door unlocked the door that most people would enter they can't un keep it unlocked because they keep saying that it's broken it needs to be repaired it used to be unlocked but now it's been like six seven months and we and it's still not fixed I don't know why that makes no sense to me

160security has said that they keep reporting it and it's not getting repaired yeah bill and I had an experience that coming in and we said I said Bill I know this trick go to the other door yeah but and the public the public buzzing because I've even gone around the other side or you buzz it stuff just needs simple stuff needs to happen J no coming in right there the front door the very first one where a circle yeah right yeah the far the most northern northern door see if there's an open work order or how many no the exterior door where we swipe you can swipe your card all the way to the right was locked today me and Mr Brown went through the second door but the question is I think Mr uh

161Dr Hall's saying is that that's been kind of an ongoing thing so just see if there's open work corners on it and see when they were created how long they're hold how old there thank you okay any more old business hearing done new business I should have spoke this uh in board updates just real quick under the new business I Dr Hall Dr kise myself Mary and a few of her leaders leadership team met yesterday and we just had a very open discussion on just um how we can better foster collaboration with one another I I just thought that was excellent and I'm going to look for Madam Secretary to meet with myself and the superintendent and the leadership for Acme to do the same thing just non scripted non agenda just some open dialogue

162for about an hour okay thank you that's all I have thank you Mary thank you you power to the people Mar I 17 17 days we heard 18 days like 12 times yesterday he said but who's counting all right we have a close session we do have reason to go in close session for the reason um the appointment employment compensation discipline performance or dismissal of specific employees can I have a motion to go into close session for those reasons stated so moved moved by Alex second second by Jamie I it can I have a roll call please sure Mr alre hi Mr gigos hi m rson i Mr swales hi msite stumbris I Dr Hall I president Brown longer I okay we have uh we are in close session and we should be no longer

163than a half hour no longer and we will not be taking any action obviously as being the committee as a whole
