of followed by a moment of silence. >> I pledge algiance to the flag of the United States of America and to the republic for which it stands. One nation under God, indivisible, with liberty and justice for all. Thank you very much. Next on the agenda, we have communication from patrons. And seeing no patrons at the meeting tonight, we have no communication. Next, we have the approval of the minutes. The minutes of the January 13th reorganization meeting and the board finance meeting and the January 20th public hearing and the regular meeting and the executive session are all in our board packets and we've had several days to take a look at those. Um, does anyone have any questions or or comments about those meeting minutes? I move we accept all of them. >> Second. Thank you.
Any further discussion? >> All in favor say I. I. Opposed. Motion carried. Next we have the approval of personnel changes. We have one personnel change. >> This is um this is a stipend for musical choreography. musical. Uh Mr. Mills had sent through all of the other ones previously and he emailed us. So we needed to get her added on. So Lean Center has done this with us in the past. So I just ask you to approve her tonight. Okay. Can I have a motion to approve center for music? >> Second. Thank you. Further discussion. All in favor say I. >> I. >> Opposed. Motion carried. Next we have the approval of the Michigan Contracting Pay application number three for the lighting replacements for a total of $1,612.80. And that invoice is in our packets and
we've had several days to take a look at it. Does anyone have any questions regarding the contracting invoice? Can I have a motion to approve that invoice? Second. Any further discussion? All in favor say I. >> I. >> Opposed. Motion carries. Thank you. Uh, next we have the uh approval of we need approval for the LWC invoice for the lighting replacements, the work on the lighting replacements for a total of $3,762.50. That invoice also been in our packets and we've had the opportunity to review it. Does anyone have any questions regarding that invoice? And I have a motion to approve the um LWC invoice. Thank you. Second. >> Thank you. Any further discussion? All in favor say I. >> I. >> Motion carried. >> Thank you. >> Next, we have the approval of the um
invoice for S&P Global Ratings as part of our bond issue process. Once again, that's been in our packet for several days. you had the opportunity to take a look at that. Does anyone have any questions about the invoice from >> Did they come back with the rating yet? >> We did and um then we got the invoice the next day. So, I thought that was kind of interesting. But yes, we we did get our rating. We have A+ and an underline rating of a A+. So, nothing changed. It stayed the same. >> Any other questions? All right. Can I have a motion to approve the um invoice 1151314 global >> second? Any further discussion? All in favor say I. >> I. >> Opposed. Motion carried. Thank you. Next on the agenda, we have the approval
of the preschool and kindergarten roundup which is scheduled for April 9th from 4:00 p.m. to 7 p.m. Anything additional to share? We are um pushing that out a few weeks this year thinking maybe we will get better attendance. Not that it's been poor in the past. We usually get our bulk that evening, but then they keep trickling and trickling. So, um they were wondering about moving after spring break to see if more in the mode or thinking after spring break the year is going to be down and starting to look towards next year. So, we'll see if that makes any difference. Um I mean it's only a matter of maybe two and a half weeks also by the beginning of April and that is for prek and kindergarten at the same time. And I believe
they are still doing that. You questions. It's still call the office to set up an appointment. We we had found that after co that was one thing we kept because it's it was much more manageable when they were coming in kind of consistently throughout the evening instead of everybody pouring in at one time and then we couldn't get to them and they had a long wait. So, it's always a fun night to see see our new group of kids kind of. Okay. Any other questions for I have a motion to approve the prek preschool and kindergarten roundup schedule for April 9th from 4 to 7 p.m. >> Second. Thank you. Any further discussion? All in favor say I. >> I opposed. Motion carried. Next we have the approval of claims. Kelly >> asking for approval
for seven pages of accounts payable claims in the total amount of $84,96510 and three pages of payroll claims totaling $413,395.31 for a total claim bucket of $498,36041. We have had the details of the claims in our packet for several days and we've had the opportunity to review those claims. Does anyone have any questions in regards to any specific claims? >> Okay. Can I have a motion to approve the claims the accounts payable total for 84,96510 the payroll total of 413,39531 for a total claims of 49836041. Thank you. >> Any further discussion? All in favor say I. >> I >> opposed. Motion carried. Next we have the actual was kind of fun because we're starting in clean all the way down. Um we're 800 way through the year if you divide 1 by 12 there. And
so we have gone. This is January's expenditures for the education fund. And you can see we're below we're starting out below the red line 6% for our budget for the one which is the nice trend. And if you look back, I did drop off 15. I'm just trying to keep that spread there. So we can kind of see I think it's good to always look back and see where we were. And um of course many things change. Doesn't it doesn't mean that we're different, but the does so many different things. If you think about all the things that have changed in the 10 years um and will continue to change, but this is where we need to be to get our started. And then the same with operations fund. We are 6% through our budget
um to get our year going. So we're slightly under um last year at this point in time, but that could mean a difference of just a different billing coming in and at a different time, but um it's very consistent as you can see over the last four years. But we're off to a pretty good start. Our cash reserves that look like cut off my slide there, but we are 7,372,572 at the day I did this. So we are trending same area to start our 2026 school year or calendar year off. And then the last slide is going to show you rainy day which we know is study and it doesn't change. It always it always portrays different on the screen than the paper I have. I finally got those numbers above the line here and
it always shows on there. So yeah, that's funny how it translates different like that. But that's um We've had many talks at the end of closing out last year and going into this year. We feel like that's a healthy balance. We don't necessarily want to grow it more than that. Um I mean that wouldn't be a bad thing. We definitely don't want it to get lower than that. So as long as we can maintain we're feeling good. So feel like we're ready to get the the calendar year going and um we're in good shape. >> What was the January dip in the cash reserve? One more slide back. >> From 785 to 7317 >> for last year. >> Well, I assume 25 is December. >> No, 25 is January of >> Oh, Jan to Jan.
Yeah. >> Yeah. So, I I can't answer that. I'm sorry. >> That's fine. I don't have an answer to that. You thought that was month >> I'm thinking that that is a year end number just because that's the world I live in and then the change from year end to now. >> Okay. >> Any other questions? >> I'll tell you the dip was probably the purchase of the building. >> Right. So >> from last year. >> Yeah. Yeah. From January Jan that would be the bulk of it. >> Almost right on. >> Yeah. that came out of cash reserve. So that makes sense to me. >> But without studying that I could I mean there could be some other things. >> Oh, I'm sure. Yeah. But that was probably the biggest one. >> Any other
questions? Okay. Superintendent report. >> So we'll start with school makeup days. And I sent out I sent you all the text because I wanted to get out to staff and families. I didn't want to wait until necessarily tonight to do that or tomorrow after we talk tonight. Uh we we got lucky and we received a waiver from the state. Um it was interesting. The days they chose to give us were were the they were only looking at that the week that central Indiana basically was impacted. Um and so that's why we didn't get the three in a row. They gave us two of those three. But we'll take the two >> um and say thank you. So that means we had previously used our three e-learning days. Um we needed to make up a day
on President's Day and we still need to do that. So that'll be this coming or this next Monday to February 16th and then we are back on track. We no longer will need to go on the Friday and we will not need to tap on a day at the end of the school year. So um that was a a nice blessing and a gift. So, we also were working hard at point B there and I've talked a little bit to some of you just on the side as you've had questions. We worked um over the last week and a half to get plans in place for synchronous learning. Um that information also went out to families to try to try to understand the difference, explain the difference between what what that means, why we have
to do that model, um which is following our state regulations. we need to meet our 180 days. We only get three asynchronous and then we can switch to synchronous which there isn't a limit. So we don't want to do that for a long period of time. But we do have those plans in place now so that we can take care of that model should we have weather. >> Your student what does that mean for you? >> So that means for you there's a that is posted on our digital learning site. Carly was working to get everything up and on the website. Um, elementary students will have a chunk of time that they will be linked online to receive live instruction for reading and then there's a small break and then they will get on that
same link again to receive math from their home room teacher. Um, it's a period where they're they can interact and have a lesson. Teachers available to help them. Um, students can talk to each other. It's all it'll all be how the teacher controls the, you know, if they're muted or not muted and all of that. And then junior high and high school, they will follow uh like their class period schedule, but it's condensed. So, there'll be a schedule posted of like first period, you're going to from maybe 10 to 10:25 and then there's a little bit of a break and then you're going to go to your second period. So they'll move through the day. We need to meet um two and a half hours in the elementary and three and a half hours junior
high school of live instruction and then any course work that needs to be done beyond that doesn't have to necessarily be on a live week and we know that that's going to present some challenges problems. Um not everybody's going to be able to have access. We are being flexible. Um we do not want to create hardship on parents. We understand that. Um and so we've just asked for them to reach out if it's not possible for their student to get on and we'll work with them to figure out alternatives. And from a state's perspective, as long as we offer and majority of our students can participate in it, we have the option of doing those. Yes. tag. So t the tag brand as we know it's been drastically different this year. Um they rolled it
out. We were trying to make sense of the new obligations that we needed to meet and kept you guys informed. We were able to give nine stipens out to teachers. the funding they gave us did not cover nine stipens. So we had to figure out how we could cover with the money that they were allocating towards Argus and how we were going to give that. So that was rolled out in an application form where any any teacher could apply. The criteria was listed and they needed to show the data piece that showed student growth. Those were the requirements for this week. they had an opportunity to discuss their leadership or other um growth opportunities that they've been seeking on their own and or if they mentored or if they were also in a high need
area um which was defined by the state as well. And so all of that was collected and we went through our I reviewed applications. Um we had 10 teachers apply. Eight of those qualified. Two two teachers did not because they are not um fully licensed and that was one of their requirements by the state. You have to have your teaching license and they're going through still earning credits towards that. So um Unfortunately, that took those two out of the mix. I had to submit information to the state with the teachers that were selected and the data that they provided and I haven't heard anything back. So, at this point in time, I haven't told anybody. Um, administrators know who it was and I had sitting there with me as well. um out of the eight
we could only give six to exhaust the money and so it was stated in there once we got to that point it would everybody was kind of even we would do a lot of redraw so um those things have been submitted I just don't know if this is coming back to give us any feedback or final approval or what I was holding off a little bit they don't want to upset like it's already a very tense situation and they do not want to upset anybody anymore so Um, that's where it's at. We are supposed to receive money by midappril I think and then we have a month to turn that around and get those issued. So that's I guess to be continued a little bit. That's where we're at with everything. I think at this
point I think it would be fair. I'm going to probably communicate with the teachers so they know at least where we're at. And that means if it's submitted, I do not know if we get final sample approval or if they're just going to all set where it goes. >> Do you feel like the state is chang I think there will be tweaking but I do not know what that will be. Um I received when I the information. I received a confirmation back that said basically received which I was thankful for because just wonder um and and there was I think just like a automated response that said they'll they'll be reviewing because it had asked what our process was. So I had to type all that in there and it said they would be reviewing
everything and um it led me to believe that they would then take what they're learning from everybody's experience and probably tweaks there. I did tell the teachers I will not publicly release these things. I do not think it is fair to do so because there's a lot of mixed feelings going into this. >> So, so there were there were three tiers and we were not allowed to change those tiers. So, um because we had more than more apply than what we could give. I just looked at everybody at that first tier level just so we could spread the wealth a little bit more. And so that tier is at 3500 um minus to take turf and other stuff out of that. So it's they're not going to receive a check, but that's what it that's
what it comes to. And we do need to kick in a little bit to get that sixth person. um to that point I think it was around I left my numbers another way but I think it was around 1,200 that we were going to have to contribute um which wanted to otherwise we have to get money back that doesn't make sense. So there there were eight that actually qualified. >> Correct. >> And we can only get six. >> Correct. >> There a rule why we can't do the other two ourselves. >> We can do it ourselves. If you guys would like to enter into that discussion, we can >> unbudgeted cash reserves >> and it'll probably >> I know. And then that's the other thing. So we we I was tossing around in my mind,
do we maybe just give them a recognition stipen for this this year only and we choose that amount? Um maybe not equal >> by the time we would do two more sipons at 3500 plus everything we have to throw in. I think Kelly gave me a number about what was it? 4,800 no roughly that. So we're close to $9,000 a little over actually. Um and then we get into that wasn't planned. Um, >> that's dipping into that that money that is not then being spread evenly to the rest of the staff. But >> I think it brings up other issues. >> Yeah. >> I just was asking. >> No, it's it's a fair. I wonder the same thing because I've been trying to figure out how to do this and make it make it >>
understand. >> Yeah. >> I wish we could recognize them all. >> Hopefully The state will make some changes allow a little more >> opportunity for us to make some choices here reason to do with it and um I certainly don't want the ones that did apply to feel like they've done something not it was there for them to attempt and it was nice reading all the applications and seeing all the great things we already know that they're doing those great things but it was nice to see on paper and in front of us because there's a lot of good things going on at this school so the bond update um we did get our rating so Jenny has already asked that we received that and then we went right into bond sale and that went
very well. Um it was it was a it was a fun day because I felt like we finally checked that box and um we close on the 26th. Damian was so thrilled when we called and I were getting a little bit of a chuckle out of them. He was so excited about how well the sale went. He was just kind of bouncing around in his chair. Yeah. >> Could not sit still. Like so crazy. Sure. So, um, again, we had a very good rating and so we were we were we were able to generate some premium off of our bond and get get some more money that we hadn't expected. And so that's that's a nice turnout. They were highly sought after. We were one of I think we were the third or fourth school
in this calendar year to sell and we were the highest rated out of all of those. So, um I wanted to make sure you guys won't do that. Feel like good job board. We're we're doing well and everything we're overseeing and paying attention to those finances every month. um there were twice as many orders as bonds available and so that that that really played out well for us and it was a good I think it worked well even though it was a really busy holiday season with all these extra meetings and all things going on. I think the timing of it to sell right at the beginning of the year played well in our favor. So um yeah, we were able say that publicly. We'll just wait until we close and share share some numbers
with you guys later. But um yeah, we were able to kind of cross the finish line there and everybody was really happy with the way that turned out. So more to come or close it on the 26. >> Yes. And LWC is right coming right in behind. I typed up the construction today because you know the one he gave us I was trying to study that with my eyes. And so we have um pre- bids already been published and as about as soon as we close, we're going to be taking bids and ready to go. So it's really fallen into place. So good job. Thank you everybody for working so hard on that. I know it's been a lot. We're gonna close this chapter and then we're going to get busy with the work that
needs to be done. That's great. Thank you for all the work. you and everyone everyone that's put into this app very much. >> We did have one card that came in from Julie Hampton and just thank you so much for the beautiful plant that was sent to honor our dad. It meant so much to all of us. Love Julie and the family of DN. Any other questions for Are there any other closing comments? Okay, with that, can I have a motion to adjourn the meeting at 7:28 p.m. Any further discussion? All in favor say I. >> I opposed. Motion carries. Thank you very much everyone.
