Nobody's had a chance to look at that and ask any questions or Good questions answered. If no further questions or concerns, I'll make a motion to accept the consent agenda. >> I'll second. >> All

We'll move on to new business. First on new business is year-end duties, cancellation of warranties, outstanding checks. >> Yes. So, every year after December 31st, if we have any checks that haven't cleared for two years, we have to cancel those. Within those two years, Tamara does reach out to who the checks were written out to, tries to get them cashed or tries to see what the issue was with it. And there are just sometimes we are unable to get that resolved. Either we can't get a hold of the person. Sometimes maybe how we had to write the check out, their business

003is no longer in business and we can't send it to somebody else. Things like that. So we do have three checks that are listed in your board packet that we will need approval from the board for Cameron to cancel those checks. I'm assuming those probably are not large amounts probably or somebody will be coming back to sending you the checks, right? >> No, they are not. >> Any questions regarding the outstanding checks? >> No questions. Next on the agenda is teacher appreciation grant supplemental pay resolution. >> So this year as we know the teacher appreciation grant did change. In the past we always had a board policy that outlined how we would do our teacher

004appreciation grant and when we would receive our funds we would meet with the teachers union and we would go over and we would be able to distribute that. This year the state changed all of that and so we no longer have the policy in place and it is now handled by the school corporation and so again we can award up to 20% of our teaching staff a tag grant based on the criteria that the state has given us. The funding that came in did not allow us to be able to reach that 20%. Um, however, what the state is allowing us to do since the amounts didn't come out evenly. If we went with tier one for everyone, we would have been able to give out 10 grants and then we would have had almost

005a full grant that we could send back to the state. And in the past, they would let us round up on some of those grants. And so, they are allowing us to add corporation dollars um from the education fund to be able to round that up to make a whole grant. So then if we went with all tier ones, we would be able to give 11 grants. So we were $288.91 short of being able to give that 11th grant. And so since we don't have a policy in place, the board can pass a supplemental resolution that would allow us to be able to do that. In the past, how we handled the TAG grant, whenever the money came in from the state, we took all of the funds that we received for the grant and

006we distribute those out to the teachers and then any of the turf and the FICA that sat on top of that, we paid for that out of the education fund. So, we kept that the same practice as what we've done in the past as well. And that's listed in the resolution as well from the board. So if we pass this resolution, then basically we supplement the 200 >> $288.91 cents. >> So we can give out the >> So we can give out Mhm. the grant >> sense questions regarding the resolution. >> I think the state is trying to make it more and more difficult >> to do ret. >> The state is I will just share a little bit. It was not a super easy process this year as far as giving the guidance that

007we received. Actually, I'll actually start with the state. The guidance that the state received was not super clear. They had a lot of interpretation that they had to do. That then flowed down to the school districts to have to do a lot of inter interpretation as well. In giving out the guidance to our teachers, we didn't want to accidentally exclude anyone by going too narrow of a scope with the guidance that we were giving. We tried to keep it somewhat open-ended just because again, we're basically playing a game and then learning the rules after the game has already been played. And so, as far as teachers having access to data and assessments and things like that to use. And so I just want to say thank you to our applicants who did apply because the

008one thing that we learned throughout the process, if we wouldn't have had people apply for the grant, we wouldn't have been able to learn lessons on a possible way to make it better in for future years going forward. So that is one of the things I'm thankful that people walked alongside us and and took our guidance as vague as it was and still put the time into putting an application together. minimum 11. >> Yeah, we had 11 grants that we awarded and we went ahead with all tier one this year. Again, it's just everybody was learning and trying to figure out kind of what we were doing with it. So, that way we were able to give out the most that we could. >> So, we need to accept the pay or >> you need

So when the teachers receive those grants, um, will money won't it be deducted to that to go to turf or does the school >> So the turf the the school pays the employer portion and the teachers portion of turf. You'll still have your regular taxes that come out of that amount that you have to pay. Um, but what some schools did was say you received $40,000, they gave out $35,000 in grants and they took the other $5,000 and they covered the school's portion of the turf and

010the FICA. We've always done it the opposite of that and we've used all the grant dollars to award the grants and then the school has covered the turf and the FICA on top of that out of education fund dollars. It's an attorney company that's helping us with our policies. They simplify our policies and they are the ones that have to defend them in court. So, they bring some of that knowledge of things

011that they've seen to the table. So, you received your first update in your board packet. Again, tonight is just the hearing of the first update and then at the next meeting, if you are ready, you would then be able to adopt this round of policies. I asked a few questions on some of the policies. One of the things that we didn't receive beforehand with Niola is the administrative guidelines and they've given us sample copies along with some of the policies. One of questions for them was if the um to see what kind of have administrative guidelines and they said that the board just approves the policy and then you'll see a copy of the administrative guidelines to go along with it. But that's what kind of dictates more of our day in and day out

012operations with it. So if we need to make a change to it, we can do that a little more quickly without having to go back through the process. Uh it'll still be in alignment though with the board policy. It won't violate board policy. So, I did get that clarification. So, you will notice in your packet that you received, there are administrative guidelines in there. So, now I'm going to go back through those and kind of take some of our practices and make sure that they align a little better with those. See C125. And you to have it in front of you right now for open districts. and it has a statement in there that transportation will not be provided by the corporation for transfer students accepted for enrollment. That's not our current practice. We do

013have some pickup locations where we will transport and so we are allowed to change that to follow our common practice. So I will get that updated and get that reset out to you so you have that information. policy about school trips and privately sponsored activities involving it was talking in there. The only reference that it made to field trips and the board approving field trips were overnight field trips. We have you go ahead and approve all of our field trips. And so I asked since it didn't speak to that, do we need to get that added in there? Is that something that we need to be doing? Legally, we don't have to. We can continue having you guys approve all of the field trips, but the overnight field trips, that's why it's written in policy

014because there's more liability with those. So that that can be a decision that you guys upon. Um, but we don't or discontinue that practice for that one. And those were the only ones that I had. If you guys have any questions for me right now, I'll be happy to attempt to answer them or at least get you an answer. Um, some of our athletic teams and stuff will go to camps that will be an overnight or choir trip, band trip, um, our Euro trip, those kind of our bigger ones, but there are standard

So, um, legally it can actually be just a building level admin approval when they can make that decision. So, it doesn't bother me either way. Okay, >> so next on the agenda will be personnel in employment transportation secretary. >> Yes. So Lisa Clarage, she sent in her resignation. Her last day was last week with us. Lisa has been with the corporation for nine years. She has held various positions and even before that she was subbing. I remember back when I was in the classroom as Lisa was a sub and so we just thank her for all of her time that she's devoted

017and to the extracurriculars that she's helped out with and the way her family's helped out and been a part of the school corporation. We wish her the very best on her next adventure. >> So since it's already h we guess we got to prove that she's can we deny it she has to come back. >> We can try. The names for transportation are not in there for lined up but with working on transition through transportation together for the board meeting but we'll have that ready to go for the next board meeting. So we have our central office office assistant who helps get us in order down here in the summer extra filing um

018some other records that we need to take care of. Down here we have our custodial crew who's going to be returning with us and then adding a couple of new faces in there as well for us this summer. Being again all of our past student records and all of our current student records. So I mean that's over a thousand there. And like I said our past student records they they date way way back and stuff. So, we are digitizing all of that this summer and going through and putting them on a record cycle so that we know what records when we can get rid of them. Um, we're still keeping our paper copies right now. We're going to get them converted over to digital and see how we go with that for a minute before

019we look to see what we're kind of going to do with everything else. They get done there. We have records down here that we can start on. Upstairs, we have all of our facility maps that date back to every project that's happened in this entire corporation. We just have the paper copies of them upstairs. And quite often Mark and Justin will come down here and they need to go up and they need to find something on there and they need to I don't know what they look at, but they look at something on there and they get what they need and stuff. So, um, just to be able to preserve our records and our history, we have that. And then we started making progress as well, but we need to make a lot with that.

020We have all of the year um one summer Brayley was able to put all of the records together for us and now we need to get that all formatted and put on the board and stuff. So, we have quite a bit of digital work to do. And then also Cody, he didn't need a design designated person for the entire summer as we've had in the past. We tried this last summer um where the office helpers will take a couple of weeks help him when he needs it when school gets out and then kind of before school goes back. Same thing with athletics and then both the elementary and the middle school high school office they need help not all summer long but those busy times and stuff and so we have helpers who can go

021and do that as well. Um and then transportation secretary as well. Some are helpful custodial crew members Corsy, Copeland, Gish, Danielle Seal, Brenley Rollins, Levi Lester, Anna Sward, Luke Underwood, and then the digital records and all those support positions. Um, Brennan, Kennedy Huff, Mey Stall, and Haley Huff on there. So, we do all those together. regarding the appointments. Okay, >> next on the agenda is ECA position recommendation for girls playing soccer. >> Okay, so Derek McCain has been involved in our soccer program and he's going to continue to be involved in helping with the program, but he is stepping down from his role as the varsity girls

022soccer coach. Um, he has multiple kids playing, so he kind of wants to be able to help out with all of the kids in the program. And so Mr. Ash is recommending Austin Bush to serve as the next varsity girls soccer coach. He does come to us with prior coaching experience in soccer. And Mr. Ash speaks very highly of him as long or along with our current soccer coaches as well. And so Mr. Ash is recommending that he be hired on a one-year contract renewable annually for up to three consecutive years. And then at that time we would do um an evaluation and decide kind of if we wanted to move that over to a longer term or a rolling contract at that point. >> The girls questions regarding soccer coach questions. I've got to be a part of our advisory board for our ready schools grant that we have through ROI and it's a

024neat time when we get to come together. This time was especially neat because we had students who came and they presented and they did so good. I mean I who got up and they were speaking whole room it was full of and what they were saying. They didn't look nervous at all. Although one of the pairs did tell me they didn't eat breakfast that morning because they were nervous, but you could not tell it. and to hear their heart and the joy that they were able to speak from as far as the experience pathways that we've been building out with Viking is it was a blessing was to get to listen talk about the work and it's one of those things are happening but when you get to actually hear about all of it just

025reminds you how it takes everybody to make things happen not one person can do it on their own and the fact that people are stepping up to do this. So has those groups those are the black box that we had up for those are listed below and I just wanted to share a little bit with you. So, our Viking values, one of the things that we're working on, I gave you a copy of our Viking values, work ethic, integrity, perseverance, responsibility, respect, inclusion, growth, school pride, collaboration, and kindness. That came from taking different surveys and talking to staff. We hear a lot about soft skills and so it was like what methods are getting year as they go into the forefront from that. The next step in this process is going to be taking these

026out and making them grade level expectations. So, okay, work ethic. What does that look like for a kindergartener versus what does that look like for a senior? And so, that'll be a continuing part of the project that we have. But then also, we've passed student of the month, but we're now tying that in. So you'll have your Viking value. So the month of February growth is the Viking value. So whenever teachers teachers are looking to nominate the student of the month, they're not always just looking at the to nominate them from. They're looking at this one demonstrated, reflecting on your actions, setting goals, and using feedback to keep improving. So again, it's just a way to reward our kids for for learning those skills as they go forward. For mentorships, this is one that especially

027Mr. Yoder has been very passionate about getting a way to connect our older kids with our younger kids. And so they've done some training. They have high school kids who have signed up and they younger and then our students in the elementary they have the like to meet with a mentor or maybe a teacher might say hey it would be good for this kiddo to get connected with an older student and we've just been seeing that work in a lot of different ways across the district even in some of discipline or the administrator sitting and talking to them. It might be a kid who and we bring them in and we sit and talk together with them. So they kind of get to hear it from a peer. So we've been really pleased with that

028work relevant to hear about because when we started this maybe going to be the hardest going and I think we had a lot more we recognized it as relevant hands-on learning. It was just kind of some things that we we do and we don't think about. So we were able to highlight a lot putting a focus on it brought that to the forefront, but then alities with maybe some quick grab-and-go hands-on activities that can be done. And so we've seen that grow across the district as well. And then the one area that they highlighted was especially our middle school science. So sixth, seventh, and eighth grade, especially um Lacy Higgins, Bethany and Deilli, and Robert Sullivan in there. They said they've really worked together to take their science curriculum and make it very hands-on for

029the students. So, that was nice to get to hear about that one. Differentiated PD and collaboration. We received a STEM innovation grant and so we're going to have more PD coming out to help support teachers in any content area who want to learn more about bringing STEM into the classroom. We also partnered with EEES Innovations this year to work on common formative assessments that are aligned to the checkpoints because that was all changing with iLearn bringing in the checkpoints this year. And so we're also looking at getting some more PD to help look at what does that data look like and getting more of a simple but streamlined process of what's our common formative assessment telling us before the kids take the checkpoint. Once they take the checkpoint, and they can take the second chance

030on the checkpoint. What's that telling them at the end? So, everything builds as we go along and we can make interventions as we need to. Also looking at getting support from them in taking our curricular resources, especially this year, we got a new ELA series and that's always a bear whenever you get a new tech. find your way through it and get your groove with it. But how do we if our kids are being tested on theme on checkpoint one and we're not teaching theme until April, that's not making sense. So we've got to make sure that we're getting our ducks in a row for that. So lots of kind of heavy work there, but very supported work to go along with that. K12 career explorations. We've had some career centered grants that we've been

031able to have to bring in some more um opportunities for our kids to get some equipment in for our kids. We have a laser engraver when our student um tell you that she went she is selftaught she figured it out do some great things with that. Those things are not easy to learn. My wife had one. It took her a while to figure that out. So, >> and it comes so natural to Shelby and she's loving it. So, we're very thankful for that. Um, and then Viking Enterprises, we are continuing to build that out. Culinary is expanding the opportunities that they have. They're actually working on getting their health license so that they can sell in stores and not just our concession stand. um to get that out a little bit more. We are the

032next thing we're looking at for that is a UV printer and getting fairly multifaceted UV printer. If we want to make awards, if we want to make banners, if yard signs, we wanted to take golf balls and put Viking heads on them and have momentos that we could hand out. Lots of cool things that you can things that's coming for that. Then community going and then just feedback on what that looks like that's going out. And then also we're looking at how do we take what we currently have, not a rebrand, not not changing anything with that, but basically taking our Viking logo that we have and maybe taking the the circle logo that we have and how do we put this into a Google folder to where we can share out with our staff

033to where I mean Amy when she started she wanted to update the name plates and so she had to come and say where do I get a Viking head that I can put on here. So it would be nice heads. Here's some get the hex codes for our colors and stuff. So very very simple work. Um early on Megan came in and she gave a she gave some ideas on that. uh she's been willing to help give some ideas and guidance on that. We have some other people who have came and said get that going. So again just a tool kit. So yeah, some excitement again. We're slow and steady. >> It It's nice. We have a wide variety of students who get involved, so it's nice to be able to see them find their

034niche and their skill set. And then when you pair that with our upskill program, you pair that with Twin Rivers, you pair that with how Vincent's University has expanded their programs, I have a daughter who's going to opportunities and I feel like when I think I've said and we just keep talking great for them and then electronics opportunities. Is this kind of ongoing or do these teams change or do they >> fluid? If somebody decides that they want to off of it and if somebody that at any time at the beginning of the school year is whatever we did let them but they usually meet on our teacher work days and so if somebody would Okay. >> Thank you.
