Are you ready? >> Yeah, we are. >> All right. Good evening everyone. Thank you for joining us. We will call this meeting to order at 6:30 and we will start with the pledge of allegiance. >> I pledge algiance to the flag of the United States of America and to the republic for which it stands. One nation under God, indivisible, with liberty and justice for all. All right. The next item on the agenda is amendments to the agenda. [clears throat] Dr. Schaefer. >> Uh, Mrs. Cherry, I have no amendments to request this evening. Thank you, >> board members. All right, moving right along. We have students of the month, Dr. Schaefer. >> Yes. Thank you. And we're uh pleased again to have our students of the month uh here this uh month of December with us.
And I want to thank our parents and our great students and our principles and teachers for recommending our kiddos. And we're going to start this evening with North Elementary and Mrs. Perkins. Good evening. I'm excited to introduce North Elementary student of the month, Ellie Villa, daughter of Enolin and Jackal Villa. Ellie is a bright, kind student in Miss Perry's first grade class. When Ellie first came to meet with me, she was a unsure about being in the principal's office. But the moment I told her she had been selected as her student of the month, her smile lit up the whole room. Ellie shared that her favorite part of school is math, especially learning how to add and subtract. She also loves art where she gets to paint and [snorts] draw to her heart's content. She
added that she enjoys reading and right now her one of her favorite books is The Very Impatient Caterpillar. At home, Ellie enjoys making crafts and watching movies. She recently created an entire book, an entire book of paper games, including one she's especially excited to play that involves decorating a Christmas tree. She also highly recommends that I watch K-pop Demon Hunters. Ellie [snorts] told me that she has a wonderful family. Her older brother likes to tease her, but she doesn't mind and ador him. She loves when her dad plays games with her, and she says her mom gives the very best hugs. If Ellie could be in charge for a day and go anywhere, she would choose a trip to the beach with her family. She's never been to the beach before and she's excited to
someday build a big sand castle. When she grows up, Ellie wants to take care of older people just like her mom does. As a member of our student of the month selection committee, Mrs. Capitar shared, "Lie stands out amongst her peers as a leader and role model, and she has seamlessly adapted to our North Elementary expectations. Miss Perry nominated Ellie and had the following to say about her. I believe Hannah Ellie Villa should be our student of the month. She is new to our district but always comes to school with a happy spirit and a positive attitude. She works extremely hard in class and is always eager to learn new things and share her knowledge. She is all always using strategies to help problem solve throughout the day as well as helping her peers figure
things out too. She brings a lot of wisdom to our class and participates 100% of the time. When things get tricky, she continues to work through it until she masters it. Ellie, you are truly deserving of this recognition. Congratulations on being elementary student month. We're very proud of you. [applause] >> Congratulations, Ellie. [clears throat] >> You're welcome. >> And Mrs. Hollingsworth is going to introduce our South Elementary student of the month. And just uh just to point out in case you you may or may not catch this, but as our buildings have been recognizing students, they've been focusing on our portrait of a learner skills uh which include communication, collaboration. I know there's a couple tonight pointing out problem solving, adaptability, initiative, and organization. So we we appreciate that focus. >> Well, South Elementary is
proud to introduce Aman Tiamu as this month's student of the month. Aman is a student in Mrs. Blair's second grade class and he lives with his mom, brother, and sister. Aman's dad currently lives in Nigeria. While at home, Aman likes to play video games with his brother and sister. He likes Block, Blast, Minecraft, Roblox, and Raptor Evolution. Aman is truly a wonderful student who is incredibly empathetic with everyone. He cares about how others feel and he shows that by being kind and ensuring that we are all following the expectations of self. Aman is also a wonderful problem solver, which is the warrior way to success skill that we've been working on. According to Aman, South Elementary is great because of how nice everyone is and that he feels very safe at school. His favorite special
is library as he likes that he can take home books. And his other favorite subject is math. He likes to work on subtraction the most because it's easier than addition. Aman thinks Mrs. Blair is really great. He likes morning work and the crafts she has them work on. Aman thinks he's a good problem solver because he uses strategies all of the time to help him. He said that Mrs. Blair has taught him these strategies and he likes to use them to help him be successful. Aman said the best influence on his life is his mom and dad. He said that his mom and dad have taught him to work hard, get your homework done, and be a good friend. He also said that another person who influenced his life, and she's here in this room,
is his first grade teacher, Mrs. Perry. He said that when he would not be as successful in second grade without her. Aman wants to be a doctor when he grows up. Aman said if he was in charge for a day, we would start by reviewing the expectations with the entire school so they all know how to find a level zero. He said that he would let them have an extra 10 minutes of recess and then he would spend the rest of the day helping people follow the expectations in our school and ensure that everyone is treated with kindness. Aman was nominated by his second grade teacher, Mrs. Blair. Mrs. Blair had the following to say. Aman is the kid in class who participates with each question a teacher asks. He is constantly showing how he
solves problems and communicates his thinking. He's such a joy to have in class. And as a teacher, I even love to see his thinking face when I've stumped him on a math problem. He uses perseverance when trying to work through a challenging problem, and you definitely know when he gets it or not. Aman's determination and work ethic help him be a problem solver, and he deserves a student of the month recognition for it. Congratulations, Aman, on being South Student of the Month. Congratulations, [applause] Aman. [clears throat] And Mrs. Berky is going to introduce our middle school student of the month. >> [cough and clears throat] >> This month, I'm proud to introduce Miley Shipley, our sixth grade student of the month. Selected for exemplifying our warrior way trait of problem solving. Miley is the daughter
of Elizabeth and Maurice Shipley and sister to Millie and Mason. She's a bright, motivated student who approaches challenges with focus, thoughtful reasoning, and a willingness to persevere. Miley's teachers describe her as the kind of student every classroom needs. Her math teacher, Mr. Bordon, shared, "I am very proud to recognize Miley Shipley as student of the month for problem solving. This award is a direct reflection of her hard work and outstanding initiative in the classroom. Miley consistently demonstrates a strong ability to tackle challenges and find solutions independently. She's a great student to have in class." Her ELA teacher, Mrs. Gleason, added, "Miley approaches challenges with patience, resourcefulness, and a steady work ethic. She thinks critically about each situation, explores different possibilities, and applies what she has learned to overcome obstacles with confidence. Miley was selected as
our student of the month before last week, where she had an exciting additional opportunity. In computer science, Mr. Burrus described her as an outstanding performer who completes her work early, excels in teamwork, and often steps up as a leader. Earlier this fall, she and two of her classmates took on a special challenge through a statewide competition called CS for Good, which encourages students to use computer science to address real world needs. Miley's team designed an app to help people locate um nearby food pantries and access information about their hours and locations. They built the app using code.org, spending their lunches and even some recess time, bringing their idea to life. Their project was selected as a finalist and the team traveled to the state house last week on December 3rd to present their work to
a panel of judges. They finished third overall in the middle school division out of approximately 70 schools across the state. Miley and her team teammates truly identified a problem and work together to create a meaningful solution. Outside of the classroom, Miley stays involved in a wide range of activities. She joined the DCMS cross country team this year and plans to run track in the spring. She also plays softball, volleyball, and basketball, and travel leagues, and serves on our hope squad, supporting our school community. Miley is a student who approaches every challenge with persistence, clear thinking, and a solutionsoriented mindset. It is an honor to recognize Miley as our student of the month this month. Congratulations, Miley. [applause] >> Congratulations, Miley. And great job last week as well. And Mr. Cladel is going to introduce us
to our high school student of the month. >> The November Danville Community High School student of the month is freshman Carter Graves. Carter was nominated nominated by coach Jamie Comr for his exceptional dedication and leadership. Coach Cobber stated that Carter is an amazing student with a work ethic like no other. Constantly pushing himself to improve and encouraging his classmates to do the same. He embodies what it means to be a true Danville warrior, bringing positivity, determination, and leadership to every class. Outside the classroom, Carter is involved in baseball where he plays first base and pitches. When he has two strikes and he's ready for an out, kids these days call that an out pitch. He throws a slider load away. He's also involved in FFA and enjoys hunting. His favorite classes are history, math, and
science. And he enjoys classes with Mr. Clark and Mr. Smarella. Carter appreciates being challenged in the weight room by Coach Commer and Coach Fallon as they have been key in helping him gain confidence and reach his goals. Looking ahead, Carter hopes to play baseball in college and study finance. There's no doubt that he has the drive and the character to make those dreams a reality. [applause] Congratulations, Carter. And again to all of our students of the month and again, thank you uh teachers and our building principles for for recognizing them. >> All right, the next item on our agenda is community [clears throat] input. I don't see that anyone signed the signup sheet, but if anyone would like to take a few moments and say something, please step to the microphone and state your name
and your address. Seeing as I have no takers, I would like to make a comment while all the principles are still here. In the last week, I think all of the board got at least two emails from a couple of eighth grade honors English language arts students. I love anytime students want to interact with the board because that is the reason that we are here. So, Mrs. Berky, I don't know who that teacher was, but tell her thank you. It was fantastic. >> Mr. Stem, >> okay, Mrs. Stemmer, if you're listening, thank you. Apparently, they have an English project and it was to ways that they could improve certain things at the middle school and they reached out to the board and I'm assuming other people in the school building, but they sent a survey.
Their um emails were very well written. They were very polite. So, congratulations to that class. They did a fantastic job. Please be sure to pass that along. All right. Next item on the agenda, approval of the November 10th, 2025 regular school board meeting minutes. I need a motion to approve those minutes, please. >> So moved. >> Thank you, Mrs. Ward. Second. >> Second. >> Thank you, Mr. Hemsel. Comments or questions? All in favor? I. Any oppose? That passes unanimously. >> I'm sorry, ladies. You may exit the room if you would like to. [laughter] >> That's very polite of you. I appreciate that. >> Thank you. >> All right. Next item on the agenda, treasur's report. Mr. Herbert. >> Thank you, Mrs. Cherry. Uh for the month of November, we had property and state tax supported
funds of $7,550,671. Uh in our education fund, we had actual expenditures of 1,724,267. Uh we had no expenditures in our debt service fund. In our operations fund, we had expenditures of $765,510. We did transfer [clears throat] 325,000 from the education fund to the operations fund. And that transfer brings the corporation's total transfer for the year to 12.13% of the total education fund revenue and 13.16% of the total state tuition support. Uh so I would ask for the board's approval of our November financials and happy to answer any questions. >> All right. I need a motion to approve the treasures report as presented. >> So >> thank you Mr. Hempil. Second. >> Second. >> Thank you Mr. Brown comments or questions? >> I have a question regarding the uh transfer from ED to ops. And I
don't know if I'm seeing this correctly, but when I looked at the uh pre-written claims and the approval of claims, the totals at the bottom come out to I think around 225,000 uh dollars in expenses for the month of November. and yet we transferred 325,000 which is 100,000 more. Can you Dr. Schaefer explain the reasoning behind transferring an additional 50% of what the expenses were for the month of November? >> Well that those expenses would not include any payroll expenses or benefits or anything like that. So uh those costs are actually they would be a little bit higher than that amount. Uh and it's also trying to make sure that we maintain kind of a break even in both the operations and the education fund. Uh as we sit here in November, we're actually ahead
in the education fund. So we're we're in the black uh in the operations fund, we're slightly into the red. Uh so that's why again trying to catch up and so that at the end of the year once we get here through December uh that we will have either break even or in the black for both of those funds. So that was the reason for that that additional dollars. >> Thank you. Any other comments or questions? All in favor? I. Any opposed? That passes unanimously. Next item on the agenda, approval of claims. Mr. Herbert. >> Thank you, Mr. Cherry. Uh we have claims here for the month uh pre-written for November of $183,219.75 and we had our traditional claims of $575,433.95. Uh that brings total claims here for the month to $758,653.70. So I would ask
for the board's approval of our claims for November. Uh and again, more than happy to answer any questions. >> I need a motion to approve the claims as presented. >> So moved. >> Thank you, Mr. Brown. Second. >> Second. >> Thank you, Mrs. [snorts] Ward. Comments or questions? >> What's the the fields turret? That is the service that we use to manage all of our uh athletic fields that are the natural grass. They do Yeah. They do all the fertilizing, they do all the spraying, they do the mowing, they do the maintenance, they do all the striping specifically like at soccer. Uh that can get kind of costly. Uh and so they uh they actually are the ones who take care of all that. They will also here as we get into winter, they will
go out and take care of like the soccer nets. They'll pull those down. They'll take care of all the tennis court nets. Uh they'll pull those down, take the poles out of the ground, and store all those for us. >> Is this a new service? >> Yeah, this is a new We uh >> we used to do it ourselves, I think. Or the maintenance crew >> maintenance crew had done it has done it in the past. Uh this is the first year uh that we've done it mainly since we sent soccer over to start using the more natural turf. Uh they were came highly recommended from some other districts around the area and have done a really great job with that. Uh I know Mrs. Harvey is not here this evening, but she can speak
to the fact that just soccer alone, having them move over to the natural grass has greatly reduced the number of injuries that we've had this year. Uh, and this this service has been able to help make sure that that grass is up to par. Uh, and to make sure that the field levels are up to good quality as well. >> The other services just come along >> as kind of with the package. >> Yeah. you got all those things that you listed taken next and so forth is put making sure that the screens on the tennis courts are get put up and taken down as well. >> Correct. Yeah, they'll put them back up in the spring once it's time for tennis season to start. >> That'll be good because there's been issues with getting
certain things along the way that surely weren't getting done timely. Yeah. >> So, I think that's probably a good plan. >> Yeah. >> I know the soccer parents were noticed a big difference this season from last season. Yeah. Yeah. I know. We had several injuries last year when we were playing on the old turf and now that they moved to the the rail grass, like I said, injuries have been quite quite reduced, which is definitely >> This the first year we've been doing this. >> This is the first year we've moved to the natural grass field. Yeah. >> No, first year. >> Yes. I'm sorry. >> Correct. >> Turf grass management. >> Yes. >> All right. Any other comments or questions? >> All in favor? I. Any opposed? That passes unanimously. Next item item on
the agenda, approval of payroll claims. Mr. Herbert. >> Thank you, Mr. Cherry. We have two claims here before us this evening. Uh we had our November 21st claim of 1,8,21159 and we had our December 5th claim of $833,828.75. That brings the two claims here for the month to 1,842,40.34. [clears throat] Uh I would also note that the larger claim there in November uh was due to the back pay that was issued to all staff uh since contracts were settled uh and since the approval of the classified uh increases were approved, those were all retropaid back to the July 1 date. Uh so that's why you see that bigger number there for November because that's kind of a catchup. So uh again would ask for the board's approval of our payroll claims here this evening and
happy to answer any other questions. >> All right. Motion to approve the payroll claims as presented. Please. >> So moved. >> Thank you, Mrs. Ward. Second? >> Second. >> Thank you, Mr. Hil. Comments or questions? All in favor? >> I. Any opposed? That passes unanimously. The next item on the agenda is old business. And we have none this evening. So, we'll move right along to consider approval of personnel recommendations. Dr. Schaper. >> Thank you, Mrs. Cherry. and [clears throat] a little bit shorter personnel report uh this month and would ask the board's approval uh as has been submitted. >> All right. Motion to approve the personal report as presented. >> So moved. >> Thank you, Mr. Bryant. Second. >> Second. >> Thank you, Mr. Brown. Comments or questions? >> Dr. Schaefer, have you come to
any more conclusions about the position on the coordinator of operations position? Yeah, we're we're still where we were and that is our thinking is we will not fill that position. >> Okay. And then our giving any more thought to going ahead and making sure that we have four safety officers on staff. >> Well, what we're doing right now is we are down to two SRO's. Uh we have published the chief's position and look to fill that um through an interview process. Uh right now I would say we'll see how year-end funding comes out and what the spring looks like, but I would say for right now we're looking at three positions rather than four. Uh and we've worked out a rotation to cover uh each of our buildings on a daily basis. >> So the
only reason you're looking at backing off from four to three is financial concerns. >> That's that's correct. I would just point out again that difference between coordinative operations and school safety is quite difference in the job descriptions and the services they provide. >> I certainly understand that and agree with you. Um it's just looking at uh what our costs are, what some of our last positions filled have been and kind of working in reverse order in that regard. >> I thought I recollect in a Friday update somewhere earlier this year that you when I was asking about the cuts that you were going to need to operations. You indicated that you were not going to make staffing, but then the coordinative operations position resigned, which seemed like it made sense not to backfill that given
what the resume is. But, uh, again, I find it concerning that you are weighing in on the opportunity to address finances by reducing safety. Well, and and I appreciate that. We've looked at that through this year, but also knowing that next year those cuts might need to go a little bit deeper. And what we're not wanting to do is hire people and then turn around and lay them off. So as that opportunity to reduce in that area presented itself, we had to weigh that and say, "Hey, you know, we could we could hire that fourth SRO back, but then as the cuts get deeper by the legislature, we may need to turn and lay that position back off and did not want to do that to somebody that we just hired in." >> So that
that's why we made the position a little earlier. But >> the meantime though, you you could still make that decision later on and keep safety a high priority. In my mind, >> it will be something we look at >> first of the year if things look better than they would. That'll be the first number one priority. Is that safe to say? >> Yeah, we I mean we we would love to have four positions, but at the same time, we understand that some some difficult decisions are got to get made through this next year and we don't want to make that position or that decision even more difficult by hiring somebody in and having to potentially reduce it. But we will weigh it as we move forward through time and see what opportunity presents itself. [snorts]
Any other comments or questions? All in favor? I. Any opposed? That passes unanimously. Next item on the agenda. Consider approval of new course request. Dr. Walker. >> Thank you. A number of uh new courses to um review tonight. one of which is um a a PE class, which is obviously not a new class, but um we would like to offer PE for students at the middle school, both in seventh and eighth grade. That will give students an additional high school credit, which will help free up some space um for students for new um graduation pathways once they get into the high school. As far as new courses at the high school, uh, next year we would like to offer um AP human geography, ACP, which is advanced college placement, US history, ACP finite mathematics, hospitality
management, ACP advanced English language arts, project lead the way medical interventions and computing foundations for digital age. So most of those classes are being added to fulfill the new diploma requirements which will begin for the class of 2027, our current freshmen. Students will need additional options in order to complete one of the three pathways, the enrollment, employment or enlistment pathways. [clears throat] Um the ACP options will help students to complete the Indiana College CPS, which is one component of earning um that enrollment seal. The hospitality and project lead the way courses will complete two additional career and technical education pathways for students which helps them earn the employment diploma seal. And the computer science class is a new requirement for the Indiana diploma. Um and there's additional documentation um there for your review. Um so
tonight I'm happy to answer any questions and ask for your um approval of the new classes as presented. >> I need a motion to approve the new course request as presented. So moved. >> Thank you, Mr. Hemsel. Second. >> Second. >> Thank you, Mrs. Ward. >> Comments, questions? >> Um, do we already have staff that are able to teach these or will we have to hire new staff? >> All of the courses here will not require new staff. Um, in many cases, it is replacing classes that we may offer now. Um, for instance, we have honors um English classes as uh in their students junior year. So we will replace that with the ACP advanced link uh English language arts class. So in in most of these cases it's exchanging a current course for another.
>> Regarding your middle school PE class, you mentioned that it was for those seventh and eighth grade students trying to clear their schedule for something at the high school. >> Uh how are you? What about the seventh and eighth grade atrisisk student who perhaps could benefit from earning his PE credit in middle school? So, he opens up his schedule to take additional electives that sometimes they pass and sometimes they don't pass um in order to get to meeting the requirements for the high school diploma. >> I I don't know what you're asking. >> Well, you said that it's for those students that are going to take higher level classes. >> No, it's for all students for any graduation pathway. That's what I wanted to know because didn't sound like it was that way. >> Yes,
they'll still take uh health and swim at the high school. So, um we want them to make sure that they have the swimming component once they get there, but yet it frees up because all students will need whether it's for work-based learning, whether it's for Indiana College Corps, whether it's any of the pathways that they're going on. Everybody >> So, essentially, you're saying every seventh and eighth grade student will have earned their PE credit by the time they get the freshman year. >> Yes. Is that every student or those who choose to participate in this? >> Those who take PE in either seventh or eighth grade. Yes. So in addition, you know, we have a variety of courses at the middle school. Um most students will take PE in seventh or in eighth grade. >>
Okay. So those who actually take it will it's not I'm going to opt into this particular PE class. Correct. The PE class that you take >> is the high school class. Yes. >> So PE is no longer required as a requirement for seventh and eighth grade. Um it they most of our kids get it sometime through high school. There are depending on like >> say high school I'm talking >> oh sorry middle school. Most of our kids get it sometime during uh the middle school but but sometimes they take it in fifth and in sixth grade. It all because all of their related arts classes like band is a full year class and so it sort of depends on the combination of classes that they're taking. If a student is in like the full year
band plus the full year Spanish plus a full year like 2D art, that may be a a student who had to have PE sometime earlier in middle school, but for the most part, I would say probably 90% of the kids will have PE either in seventh or in eighth grade. >> Can you have it in both? >> Yes. Yep. Some of the kids have it in both. Yep. >> So, could you take it both years and end up with also an elective credit in PE by the time you get to high school? >> You could. Yes. It's not really going to add anything, you know, as far as the a requirement because they're still going to have to take health and and swim at the at the high school. But yes, it's another it's another
high school credit. >> I'm still thinking of that at risk student. I can remember the transcripts that >> Yep. >> It have been nice to had had one more elective on the transcript. >> Absolutely. >> One more space. >> Okay. >> Thank you. >> Any other comments or questions? >> All in favor? I. Any opposed? [clears throat] That passes unanimously. Next item on the agenda, consider approval of applicants for the Danville Park Board. Dr. Schaefer. >> Thank you. Yes, the uh town is looking to uh fill uh one of the park board positions that the school board has the privilege and responsibility to name an appointee to. Um therefore, it's been advertised and we've had two applicants um express their interest. Uh Mr. Mike Corbett who is currently serving. His term is ending and can
be reappointed. Um and we also have uh Lauren Ngi who is also applied. Uh again it's it's uh up to the prerogative of this board who you would like to appoint. Um those are the two applicants uh to consider. I suppose you could also consider others too. Uh but those two have gone through the process to apply. >> So some point in time I will need someone to make a motion to one of these people. I'll make a motion to appoint the Mr. Corbett. >> I'll second that motion. >> Miss Penny, did you get that? Any thoughts, comments, or questions? >> I guess in reading their applications, I I would point out that both of them seem to be well suited. Um my thinking kind of some degree is that just like most public offices
the incumbent have the opportunity to continue into that second term to try to take what they've been doing at least one term further before it would be removed from them. >> Yeah. >> Any other comments? >> I more of a question. who decided that it would be the school board that would decide who gets on the park board. >> Uh those are usually made in statute. Uh and then local ordinance, but I believe that one is a statutory requirement. >> Are there are there two that the school appoint? >> Um sometimes I I think we only have one for park board. We have a couple for the library. >> Couple for the library. >> We have two positions for library. >> All right. All in favor? >> I. >> Any opposed? That passes unanimously. >>
Yeah. I want to thank both of our applicants for applying. They are, as Mr. Bryant expressed, both both well suited. >> Next item on the agenda, school board policy review. Dr. Schaefer. >> Thank you. And this is just part of the board's ongoing commitment to review board policy uh through the board manual. Um this month, uh we're looking at about a half a dozen policies in the uh 3000 section on our uh support staff. Uh, you have equal employment opportunity, drug-free workplace, assignment and transfer, resignation of employees, services for educational foundations, and sexual harassment. Those policies, um, I I took some time and went through and read through each one. Um, they all appear to really be in, I think, pretty solid order. Um, hopefully you've had a chance to look at those, too. I'll
be happy to answer any questions or thoughts that you might have. >> Comments or questions? All right, moving right along. Schoolboard policy update. Dr. Schaefer. >> Thank you. Uh, attached there in your board packet is the updated version of schoolboard policy 6610 on extracurricular funds. And we we've talked about this a little bit uh here in the past. And what we want to make sure is that uh the extracurricular funds which are no longer audited by state board of accounts uh that those get reviewed a report of those gets reviewed uh by the board as we've talked about uh probably twice annually. Uh so I've just made some adjustments uh to the existing policy to ensure those reports come forward to the superintendent uh twice a year. we would look at each semester uh that
a report would be made by each of the four building treasures that would come to me. Uh then that report would be provided to the board um twice annually. I because it's policy I I hesitated to nail down a specific date or time. Uh I know what we've talked about is a good practice. We'd be looking at um and I think it makes sense uh is uh August followed by February knowing when treasures come back from the summer. It gives them some time to get that report together. We can bring that to the board uh probably in August. And the same thing at the end of the calendar year to then bring that forward, give some time to get that together, bring that in February. And I think that makes sense. Sometime in the future
the board says, "Hey, we only want to do this once a year instead of twice." We certainly can make that adjustment, but I think for now to have those reports come forward to the superintendent and then to the board twice annually at approximately those those times of the year would make sense. So policies there. If you want other adjustments to it, we certainly can make those. Um that's what's drafted right now. >> All right. I need a motion to approve school board policy 6610 on extracurricular funds. >> So moved. >> Thank you, Mr. Hempil. Second. >> Second. Thank you, Mrs. Ward. Comments or questions? >> I have one question. >> Oh, my question just to go refresh my memory on exactly what all >> consist of the extracurricular activities funds. Is that just concessions and
>> gate? >> These would be everything you can think of. Club funds, athletic funds, we got concession funds. We have a lot of groups uh student groups that could be band and choir. Now, not not parent funds, not booster funds. Boosters are out. These would be all funds maintained by the schools at the school level that are these are not taxpayer funds though. These are all extracurriculars. Uh >> in the fund report, we now have athletic sponsorships. Has a balance of 15,000. I believe that was from the sale of the ads for the fall athletic program. Um again, that fund only came into play as we moved into fall. And I think that transition of how those ads were being sold and so forth came into the athletic department. Are you viewing view viewing those
athletic sponsorships as a part of this uh policy? >> Uh these would be these would be funds what we're talking about here ECA funds held at the building level if we're holding those at the district level. And and Mr. Herbert, you know, feel free to weigh in. you know, I would say that the the fund that you're referencing would not be included in our ECA accounts because like as Dr. Schaefer said, ECAS are typically assigned to a building at that level. Uh the the sponsorship fund that you see that's on our fund report is more at a district level. Uh so that's where you'll see it on the fund reports. Uh just like you haven't been able to see or have not seen ECA reporting uh through those fund reports, you've just seen that sponsorship
fund. of those athletic sponsorships that I'm seeing on tonight's fund report. Um it's just a matter of keeping an eye on when there's a monthly expense and then seeing if you guys bring it forward and if not then we need to ask about it. >> Correct. >> Okay, makes sense. I guess my guess my confusion is do the um like sponsorship funds go directly into the athletic funds or they separate pots? >> Sponsorship funds I believe we're holding those at the district level. So no, they would not go directly into athletics. >> I just don't want my view of the athletic funds to be skewed. You know, knowing what the sponsorship funds is, >> right? So in athletics, you're talking about funds coming from athletics. That's going to be your gates >> gate. Yeah. Gate
gate fees. Yeah. >> Gate fees. Concession stands that are sold there. >> If there's uh athletic wear or something that's sold spirit >> wear, >> it's all going to be part of the athletic extra. Correct. >> Correct. Yeah. And those would all be funds overseen by the building treasur. >> And then sponsorship though, I guess then the way you're explaining that as being a separate in terms of advertising, sponsorships, and so forth. Yeah, we still have the Hendricks Regional Health Fund which is a sponsorship of the one athletic field area or many of the athletic field areas there, but we have those in two separate accounts. Is that just [clears throat] a bookkeeping part for state board of accounts? >> Yeah, it's a it's a separation so that we understand what we're getting. Uh the
athletic sponsorship fund that you're referencing that we just saw come early online this fall is predominantly just being sold through advertisements for our scoreboards through the uh the athletic program. Any sponsorships that we would see there uh Hendricks is kind of on its own. Uh it's a separate it's we've had a long-standing relationship with them. Uh and so the the dollars that's generated through that have been tracked through uh because originally that intent was to be used for something specific at the football stadium uh is where that was kind of leaning towards. And so uh I believe you know when we first started that it was kind of geared towards the turf and now we we were going to use those funds for some additional upgrades that we're doing at the uh uh football field.
Uh whereas the sponsorships that we're we're talking about those are just those are new that are not going to be designated towards anything specifically other than they are just for athletics. Uh there are some athletic expenses. Uh you we mentioned the turf grass. That's one of the expenses that my intent is that that we can start to generate enough revenue off of the sponsorships that maybe we can cover the cost of that because right now those costs are coming out of the operations fund. So if we can offset the operations fund expenses for that with the sponsorships, that's kind of the idea and what we're trying to go towards. Okay. >> So the sponsorships, if I'm understanding correctly, which I may not be, come from the ads on the school board, the ads that make
up the fall sports program book and the spring sports program book. That's the money that goes into that sponsorship account. >> Correct. Now, I get calls all the time at the office for people who and they use the word sponsorship, but I'm pretty sure it's fundraising. The cheerleaders apparently get t-shirts that they throw out at football and or basketball games. So, that money will be associated with the >> those will be cheer. You would see that money in those reports. >> Correct. Unless unless those sometimes you'll see those types of things also maybe being done by a parent booster group as well. those those would not be because they would be under their own 501c3. >> So we'll just have to get in it and see what we're going to see and then >> yeah
and you know feel free to ask questions as we move through time. Um so we basically have some sponsorship funds that are held at the district level. Uh those you're seeing reports on as we move through time already. We're talking about those ECA funds uh that are gate fees. They're paying for uniforms. They're paying for officials. It's it's money in money out at the building level. Uh and it's not only athletics. There's a lot of student groups, uh, clubs, things like that. It's all those funds as well, uh, at each at each building level. >> So, here in the discussion, I guess I'm still going to ask the question the second paragraph then where [clears throat] it says where funds are generated in the building from sources such as da da da controlled by the
principal and such funds are deposited. that sentence is that all inclusive there or is there other things that so and and if it's not all inclusive then should the words be um not withstand or what's the phrasing but not limited to where funds are generated by in a building source of sources but not limited to. >> So in case there are other ones that are being missed within this policy we have it covered because we have the words but not limited to. Yeah, this certainly is not an all-inclusive list there in that paragraph. It's saying such as I think those for example, but that certainly is not an exhaustive list that's there. If if you want to add some verbage to that effect, >> I guess for all the board members, I think by adding
uh but not limited to me, it's going to make it um a little bit more a little bit more responsibility on the people within the buildings to think about what should be getting reported to us and what shouldn't be. It's better that they're over reporting even having something maybe shouldn't be there than have something that should be there and not get there. >> Yeah. >> Such as >> So you're saying um I don't want to put any words in your mouth so we'll make sure you understand. So we'd say generated in a building from sources such as but not limited to as >> maybe input and slash or other activities. I just think yeah somehow to get make sure that later on we don't get a report and then realize something was not there and
then it's well we didn't think that was considered that to me I want to try to plant the seed that it's if in doubt make the call to central office and ask the person who really knows the finance stuff and at that point you got to support to have it there or not have it there. >> Yeah. All all funds that are coming in should be accounted for by the treasur and the building principal at each building. That's correct. >> There was talk of you mentioned parent booster groups and going away from having multiple booster groups at Danville. Did that take place or we still have the football booster, basketball booster, girls basketball? >> We do not have one. >> Was am I wrong by saying that? What? >> There there was conversation there was
conversation about that just never came to full fruition. >> Okay. It never did. Okay. >> Y >> All right. >> And you'll see it different ways at different districts, >> right? >> How that's done. >> Okay. >> Yeah. >> Is there a benefit of one over the other >> depends on who you ask and what you're you know what you're looking for there. I think there's advantages and disadvantages either way. U if you put it in one group then you have to really work on equity and those types of things as far as making sure everybody gets covered. If you have multiple groups, you just have more accountability that's out there in terms of a lot of different people handling money that's coming in and coming out. Again, the district isn't directly responsible for that.
That's under their own 501c3s. >> But, but knowing that, again, I'm thinking of the businesses in the community. >> Um, it kind of seems like for some businesses it could be kind of first come, first serve in terms of, >> well, I can't fulfill this organization's request because I already promised it here, >> right? >> Um, >> that's a that's a legitimate point. And sometimes that becomes who you know and not what you're asking for [clears throat] >> exactly. And it can be a little it can be confusing for local businesses if they are not >> Yeah. >> invested if they don't know what's happening with them. >> And if there's some connections in the community that others don't have that, then certain certain kids that participate in certain organizations could be missing out. >>
Yeah. >> But once again, unfortunately, we don't control the boosters. That's just the way it is. It's frustrating, but >> Well, we don't control the boosters, but we do control soliciting on behalf of Dville Community School Corporation and any of its entities. >> If the boosters are saying it's for the booster club, then we don't control that. But >> okay, but then that anytime that money then it would be spent on something within the corporation needs to become part of a gift recognition under our gifts policy and that part of the board, wouldn't it work back it? >> Could potentially. So yeah, it depends on the amount of >> I just point it out to >> Yeah, depends on the amount of the gift and again it's it's working, you know, where that works well
is where you have good close uh responsible relationships uh with those outside groups. Uh there are I would say their own internal policies on how they're going to distribute dollars back to the different programs. Uh again, there is yeah for for those reasons there is some advantage in having one large group. Um but again um that's assuming that dollars get distributed fairly uh and equitably to the different programs that you know are relying on those dollars. Also, >> correct me if I'm wrong, that any changes, any thing that I just said in reference that what we have influence on would really depend on whether or not certain parents within the community feel differently about what's currently happening and wanting to change things or not and bubble up within the parent community of the Danville Community
School. >> It is it it's a process. If you you know, if I think if a district decides to go from one group to smaller groups or smaller groups to one group, it's going to take working with the athletic department too. uh the athletic director to make sure that everybody's on the same page. Uh there is inherent inherent fairness in that process and then working through that which is you know would probably take I would guess a couple of years to get that accomplished once you start to move that forward. >> Yeah, I I know that's a little bit outside the scope of this specific policy, but at the same time those are good good thoughts. >> All right, any other comments or questions? >> Well, you going to make those adjustments and bring it
back? Uh I can or if you want to what I have is we receive such as but not limited to and would put uh then andor uh other activities. Um if you want to approve it with those amendments, I'm happy to put those in and put it in policy. >> We approve it with those amendments as just read by Dr. Schaefer. >> All right. Thank you, Mr. Bryant. Can I get a second on that? >> Second. >> Thank you, Mrs. Ward. >> All in favor? >> I. >> Thank you. >> All right. Next item on the agenda, approval of surplus obsolete equipment. Mr. Herbert. >> Thank you, Mrs. Cherry. Uh before you this evening, we do have a list of some obsolete items. Uh the majority of these are coming from our library. Uh that
our current media center that is under renovation. Uh and looking forward to having our new media center open here at the first of the year. Uh as we come back to school after Christmas break, uh we have tried to find different ways to uh take this uh furniture for example, library tables, library chairs, uh bookshelves, things like that. Uh instead of just throwing them away, trying to find useful ways that we can uh do something with them. Uh we've had conversations with the local Danville Public Library. Uh we thought they had some interest in some of the bookshelves. Uh it turns out that it's not going to work for them at this time. Uh but we do have a group um that is willing to come in and help move all of this furniture for
us uh with then in turn donating it to Cascade High School. Uh so it will be furniture that at least someone gets some use out of. Uh it's also very expensive to essentially just kind of throw this type of furniture away. Uh so this will help eliminate the cost that we'll have in doing that. Uh, and I did jokingly say we'll have at least everybody write Danville on it somewhere. So that way when it's in Cascades Library, they know where it came from. But no, it is good to see that we can we're not just going to be throwing this stuff away that we're going to be giving it to someone who is going to get some use out of it. So again, we just ask for the board's approval of our surplus and obsolete
items this evening. >> All right. I need a motion to approve the surplus and obsolete equipment as presented. >> So moved. >> Thank you, Mr. Bryant. Second. >> Second. Thank you, Mr. Himsil. Comments or questions? All in favor? I. Any opposed? That passes unanimously? Next item on the agenda, superintendent report. Dr. Schaefer. >> Thank you, Mrs. Cherry. Um, one thing I want to point out is we have uh again this year we have our advocates day coming up and that's going to be February 13th. Um, Abby England and our communications department has done a lot of good work to help organize it and bring it together. we have invitations or open invitation out to um members of the community that might like to participate is I cause kind of a behind the green curtain experience
where we we come in and we'll have about up to 30 patrons can come in and we'll kind of take them through a day uh here in the district uh where they would get to go to transportation for example and see what happens in transportation in the office talk to the director talk to some of our staff there uh we're going to hit uh curricular programs with them too we might hit food service there's a lot of different things. Um, departmentally, I think it's really good and healthy for our public to see. Then when they hear questions out in the public, they're better positioned to answer those factually and really understand what's going on. We've done this a couple times before. It's been really wellreceived. Uh, so this next opportunity will be February 13th. Uh,
you can register through our website. Uh, or if someone uh, can't get through the website, they could simply just call our district office number and ask for Abby England and we will get them registered. I want to give the board a little bit of an update on um just where we are with the building projects. Um some of the the timelines and some of the um uh pieces that will be turned over to us in terms of those areas. I know uh Nick Fipps was here and talked a little bit about that, but I thought I would kind of quickly go back through those. Um here in January as we start second semester we will get our certificate of occupancy uh January 5th uh for our new media center and our alternative school areas. Uh
also the existing classroom renovations have been back in kind of where where math and some of the language areas were that that second block of rooms. We'll be moving into those and they are all but done now. Um, also, uh, our project lead the way areas, that career and teched area back in there. Uh, we now have three different learning spaces, uh, two shop type areas, uh, then a a large classroom. Uh, we'll get all those areas turned back over here as we start second semester. Um, the performing arts area, band and choir, the new band and choir areas that were previously the old pool, uh, that got moved back just a little bit. And the reason is we had a lot of things stored in there. We had lockers and just lots of things
stored, which I think slowed down the progress a little bit. And the construction [clears throat] team is wanting to make sure they can get all the work done before we start moving kids and staff in there. Where our kids and staff are right now, we can we can be out a couple more weeks, let them get finished. That way they're not working back and forth while we're trying to have class or between classes or at the end of the day. We said we talked to Mr. Claude thought he said, "Yeah, we" he talked to the teachers, said we can make that work. Uh so that will be turned over. Um we're looking at February 2nd. We we think it might actually be sooner than that, but um kind of giving us an extra once we
come back an extra three weeks to get those areas completed, which are going to be very very nice. Um then also some new areas we're going to be moving into renovation right here at the end of the semester uh will be our our business areas, future business areas and resource uh which uh as you look at it right now is kind of where the old uh high school offices used to be and that sort of center part of the building. We'll start uh demoing uh those areas as we move into Christmas break. Uh, also upstairs, uh, in well, I should say downstairs first, our food and culinary arts is downstairs. That's going to go upstairs for the library. So, we're going to start demoing upstairs in the old library. Um, that's what we need to
get the furniture out and get things moving. Uh, also, uh, our life skills area. Um, that that area actually got turned over earlier. Um, Mr. Cloudfelder is able to move some things around to start that work earlier. So, uh, that area is already in progress and should get turned back over with some of our classroom, our new classroom renovation block. Uh, looking outside softball field, that certificate of occupancy is is scheduled for March 23rd. And the only reason that's so late is there's landscaping and some of that work to be done once we get into the spring. The actual field work is about 98% done. In fact, they uh the kids have already been told if you if if we have some warm days, sometimes they have in the winter, they would actually be able
to get out on the turf and use that earlier. Um certificate of occupancy out there is a little bit different than it is in a building. Um they're finishing up the press box uh as we speak. Uh after that, it's just pretty much some landscaping work that has to be done. [laughter] Lights are in, turfs in. [clears throat] Uh I think we have to add some some benches and things yet to the dugout. some of that work has to be done but the the heavy lift is done on that on that facility. Um and then just looking at looking ahead um the new art art edition health and training renovations uh those are ongoing and what we call phase 6A which is the last footprint build out there on the front of the building. Um
and then some things that are coming up this summer. Um some work on where hallway uh the commons uh which is where the old locker bank was outside the pool. That that area is going to be over 30 ft wide. Uh we're going to develop that into a commons area. So kids will have an opportunity place to hang out a little bit um before after school to do work and things like that. That will also serve as an overflow uh from the cafeteria because eventually uh as we start next school year uh we're going to take out demo the old family consumer science rooms as I like to say that's like stepping right back into 1950 in those rooms today. So those are going to go away. That all goes upstairs professional kitchen area. But
that that space will now be uh directly part of the cafeteria. That'll be very nice for students. They'll be able to sort of flow across into that uh commons area that's outside what was the old pool there. And that'll be um some just different types of seating and and a place for for kids to um you know just relax a little bit. Um so those are some of the things that are upcoming. Um as we look into the future a little bit, uh we still have some auditorium renovations to do. Uh we're going to be redoing the rigging, the lighting, uh hopefully the sound, uh upgrading carpeting in there, repainting, adding sprinkling. Some of those things are happening in the auditorium. The main [clears throat] gym will be reconditioned uh with with painting, lighting, those
types of upgrades. Uh the track will be resurfaced this next summer. Uh the wrestling wall padding is getting replaced in the wrestling room. Uh and then also we'll be working on our loading dock back where you come in behind the dock there. uh finishing asphalt, all the remaining roads and parking lots, all those kind of things yet to come. So, just kind of a quick rundown of some some of the projects that are near finished [clears throat] and some of the things coming up. >> When will the total project be done there at high school? >> Uh it's slated for October, November of 2027. >> U but again, you know, we are already about 60 to 67% uh through projects. Uh, and the nice thing is that's the only footprint things remaining are to add
on to the greenhouse, which we're going to be doing. Uh, that's next year. And we have to add on a little bit behind the cafeteria for storage for cooling, freezing, and and dry storage will kind of be bumped out in the back where the cafeteria is now. But other [clears throat] than that, all the footprint add is is completed. So, >> um, you mentioned the new classrooms and the project lead the way are slated for January 5th. Does that mean when students come back to school, they will be in those rooms, or will we still need to move furniture and stuff at that time? >> Uh, I think we actually have some temp furniture going in there right now, which we're going to go ahead and move uh here right at the end of the
semester. We'll have some new furniture coming into that classroom space. We'll have to swap that out, but we can do that on a weekend or something to not interrupt class. >> But when they start second semester, they will [clears throat] be in Yes. the project lead the way in the new classroom spaces. >> Correct. Same thing with the alternative school library. Uh those things will be put together. band in choir. Just we want to make sure we're done with construction before the kids so we don't have to interrupt their learning. Okay. >> Yep. And that's going to be a just a really really nice improved space for for the kids in fine arts. So much better. >> I have a separate question to ask from the construction of Dr. Schaeer for your superintendent report that
something I've seen in news recently. There was a I believe it's called the urban coalition for public education. The news has been reporting they did a survey of superintendents throughout the state of Indiana. Did you participate in that in that? >> I did. I Yeah, I completed the survey. Yeah. >> If you could send us an update maybe in your Friday updates as to how you answered those questions in that survey. I did download it and was kind of looking at the generality answers, but I kind of like to know your viewpoints on what they asked in your views how it impacts our corporation. >> Yeah. and I saw the reports and I I can tell you that none of the none of the comments that were in the news were any of my my
comments. Um, but it was really a pretty pretty basic survey. Um, it was just really asking how the I think it was primarily Senate Bill one, how those uh changes were going to affect how how superintendent saw those affecting their schools financially. Okay. is what but yeah happy to >> if you just maybe your Friday update or something just again look at the questions there and I think some of the questions are more the top ones are pretty you know a corporation or whatever right >> it's more of the bottom ones I think that get into more of >> what your views are on regarding what they were asking so yeah sure appreciate it thank you >> all right any other questions comments >> uh just last last thing here uh real quick uh just
a reminder January 12th our next regular board meeting that is our reorganizational meeting Um and just a reminder a few of the things we we do uh each year we have election of officers. Uh we'll set the meeting dates for February through next January. Um we'll have uh we'll look at board member compensation although that's now covered in policy so that may not be necessary. I'll take a closer look at that. Uh we'll appoint the corporation treasurer. We'll appoint legal counsel and we'll have our board of finance meeting which will follow the regular meeting. So those are required statutory processes we have to do annually. Just want to make sure that's [clears throat] on everybody's radar. >> That's it. Thank you. >> All right. Thank you. >> All right. The next item on the agenda
is announcements. There's an executive board meeting December 11th, which is Thursday at 5:00 pm in the administrative office conference room. The students last day of school before Christmas break is Thursday, December 18th, and all students will return to the classroom on Monday, January 5th. Oh, January 5th. Our next regularly scheduled schoolboard meeting is January 12th, 2026 here in the Danville Middle School District training room at 6:30 p.m. I need a motion to adjourn this meeting. >> So moved. >> Thank you, Mrs. Ward. Second. >> Second. >> Thank you, Mr. Brown. All in favor? That passes unanimously. Thank you everyone.
