001the RFP. Um, then it will go to the board and they're going to independently critique each of the bids and then we'll share that information hopefully in the April board and any possible vote on May. >> Yeah. Yeah. >> At any place will there be made available what the uh standards were you were asking of the contractor what you put the bid out for? >> Yeah, it's all online already. All that's Yeah, all that's been public. It's on our website. >> I went in there today, couldn't find it. >> Should be down at the bottom of the main page unless they took it off after the bids were closed. >> Uh, but we can definitely make that available. >> If you would, would you make sure that is so I can take a look at

002that? >> Yep. Yep. Because we published in the newspaper to put it out there as well. So, >> on your homepage is the best way for me to >> Yeah. >> access it. It took me a little while to find my way around in there and go here's where all the documents are and >> is it in that segment you think where you >> I can't remember I'd have to go back and look okay to see >> now at the May meeting u April or May then it'd be open for public comments at May you would have more idea what transpired. >> Yeah because in April we're actually meeting with with Mr. Miller um we set up a time to actually negotiations with him. >> So on the contract itself. So so that way the

003board has kind of an idea of of everything really. >> What day are you meeting with him? >> Uh I think it's 14th. April 14th. your information on the board uh that's on your portal that didn't tell you what the current cost is for the same >> I'm actually going to share that today. >> Okay. >> Yeah. Yeah. But that's something else that we're putting together is we're putting together a document too that will actually >> show cost comparison between the bids and actually what our cost is >> job for job. That's great. >> Trying to be as transparent as possible. >> You know what? I used to have to be in one of them leadership position and I found that was the best policy. >> Yeah, it is. >> Yeah. >> Hey, how you

004doing? >> Maybe I can hear a little closer. >> Me too. I got a fair sound system. Maybe that'll help. >> Yeah, just talk slow. 25 years working around heavy equipment before they required hearing protection. >> I had a lawnmowing business for about probably almost 10 or 15 years and I' I've noticed as I've gotten older. >> Yeah. And that's impacted because I didn't, you know, I was young teenage kid and >> Well, you know, you don't ever think about it. You don't realize how damaging that is, particularly if you come in, you know, leaf blowers and stuff like that. >> Oh, yeah. You know, I see a lot of >> I see I see a lot of the children kids that pull into the gas station and they got the sound turned up on

005the radio that you can hear it five blocks away. And I man, you got no idea what you're going to experience. Thank you. >> Yeah. Yeah, if you can't find it, just just send anybody or a phone call or something and we can we can get that to you. >> Okay. >> We'll just have to figure out from the computer guys where they put it, >> right? So, email just to what? Superintendent's office or you directly or >> anybody is essential after after this. I'm happy to write it down for you or put it in your phone or whatever. >> I'm sure that's on your home. Email contact >> there. Yeah, there's a contact us section. >> Hey, how you doing? I got a phone. I don't know how to use it. Well, come on

006in. Make sure the live at the 2:00 mark. We're good. It said that I didn't No, I needed something. I know. >> You were I know he was >> whenever I started >> he hadn't been there. We did it shut down outside. West said I came to I think so. >> We're We're already live. >> Oh, we're already live. >> Yeah. Johnny's had us for the last 10 minutes. So, Was that a standard? >> I want to say mid60s. He was grandfathered back. I saw >> grandpa. I'm going to go over silos. >> You know where the first Good evening, ladies and gentlemen. We're going to get started this morning or excuse me, this afternoon with opening of the bids for a custodial services proposal. Um, this meeting is going to be a little bit

007different, gentlemen and ladies as well. We have one lady here, so I got to say ladies, um, >> there's two. Is there one back there? Yeah, there is one back there. My fault. Um, but uh we are going to do this meeting a little bit different today. It's not a regular school board meeting. So, all we're mainly doing is just opening the bids. There's not going to be u patron concerns or anything like that. So, we're just going to kind of go through um just kind of want to give you an update of the process. Um the RFP was released um back I believe about um end of February, 1 of March. We posted that on our um web page. In addition to that, we emailed it out to different companies. We also posted it

008in the Princeton Clarion um for two weeks in a row, I believe, um so that we got that information out. Um that RFP explained what the expectations were for the bids to be submitted. Um and then we had a pre-bid walk through, I believe, on March the 6th. And then bids were due um last Friday, March 13th at 1:00. And so we received three bids um for the custodial services proposal. What we asked the companies to do is to give bids based upon eight and a half employees which is our current employees. Um and then as well to um you know and with those employees coming salary benefits um vacation, personal days, sick days, all those different kinds of things as well as health insurance, uh 401k, that kind of stuff. U we also asked

009for um cleaning supplies, uh paper products, cleaning supplies to be included in that RFP. um as well as equipment um you know so that would be like ride-on scrubbers um you know vacuum cleaners all those types of things was asked to be put into those into these bids just so that you have some comparison um back in November I asked my treasurer to give me kind of a year's worth of costs um our salaries were 379,43390 once again 379,433 Our benefits for our custodial staff was $16,90.83 106983. And then our cleaning supplies/equipment was around $30,16656. Like I said, this was an approximate, but it at least gave us an idea for a total cost of 515,69129. So that's that the cost that we're kind of looking at. Uh we are going to do an actual

010um cost analysis for 2025 and uh the board will have that and we can share that publicly when we do um sit down and do a cost analysis between the bids as our our current custodial cost. What will happen after today is the bids. Uh we're mainly just going to read the cost connected with the bids. Uh I then have created a um administration, excuse me, administration compliance review checklist. We'll go through each of the bids, check off to make sure that they had all the requirements that we asked for in the RFP. And then the board will be receiving a rubric for each of the proposals and they will go through and independently evaluate each proposal uh based upon that rubric. At that time we'll come back together as a full board. We'll look

011at those rubrics. Um and then we'll be discussing that in the April meeting. Um I do not see us probably doing anything as far as voting per se until the May meeting. Um the other thing I will also share is that um the board and I have scheduled uh negotiations with Tim Miller um I believe on April the 14th. Um and so we'll be meeting with Tim to look at negotiations at that time because I really want the board to have all the options as we sit down and really make a decision of which direction go. So So at this time we're going to begin opening the bids. Um like I said we had three proposals. The first bid is from the EMS group. Okay, our um the way they have this broken down is

012annual billing pricing structure and then you also have monthly billing. Annual billing for base services is 255,636. Day services is 228,948. Combined billing is $484,584. Um, really quickly, monthly billing is for base services. Day services monthly billing is $19,79 for combined billing monthly of $40,382. Annual cost per square foot is $116 or excuse me $1163 for base services. Day services is $141 for a combined billing of $2.204. >> Yep. >> Okay. Our next uh bid that we have is perfection group. That's this group right here. Is it the same? It's both the same the same as what you emailed me. >> Thank you. Okay. Um they have two different options proposed custodial options. Um so total annual partnership cost on option number one um is 837,572 an annual or excuse me a monthly payment of

01369,797 and then option two is going to be 948,682 and that's for a monthly total of 79 057. Then our final bid for today and I apologize if I slaughtered his name is Bonnington Group. Okay. And Bonneting Group is doing a monthly billing. Um it looks like um years one and two Okay, based upon our current custodial staff, the monthly billing years 1 and two would be $57,34643. That's it. Okay, that is all that we have at this time. >> Yes. >> What was the length of time you asked the bids to encompass because you mentioned one and two years in this one? Was it >> We asked for a 2-year contract or two-year agreement is what it would be. Okay. >> And then there would be a possibility for a one-year extension twice. Yeah.

014>> At your at the school at the school's >> discretion discretion. >> Yes. Yeah. >> Sir, real quick one. Uh you said that was a monthly there. >> That was a monthly, correct? >> That considered for a 12 month period period. >> Yes. >> Okay. >> Yeah. >> I just wanted to make sure it's for the whole year. >> Yeah. And the contracts that we're going to run um this would these contracts if accepted would start July 1st. >> Okay. >> And go through June 30th, which is also what we are negotiating with the association as well. a July 1st through June 30th contract. So, >> all right. >> Okay. Thank you, gentlemen, for coming today. Appreciate it. >> Thank you for the information. >> You're welcome. >> Do I have to go out the

015same way or can I go out to school? >> Um, do you mean come go out these door? >> Come out here. Can I go straight out past the jam or do I go go all the way back to the main head? >> No, you can head out. >> I can go out this way. I didn't want to set no alarms, y'all. >> No.
