to the penny and pending any questions i'd like to request approval okay thank you next item on the consent agenda is personnel report personal report and personal report two which we are posting on the uh are posted currently on the website yeah so each month uh before the meeting since we're not reading the lengthy list of names we make those available to the public beforehand so they're posted on the doors leading to our boardroom and central office and they're also posted on our website so at this time i recommend approval of the consent agenda completely blank okay we have a motion and a second for the approval of the consent agenda any further discussion okay you're not all in favor motion passes next on the agenda is reports and the first item is what is
a report from the assistant dr french something i want to bring everyone's attention to um so during our e-learning we've partnered with elite gymnastics and child care center so they will be providing daycare for our kindergarten through fifth grade students at a minimal cost for families and they also have a separate classroom set up for any of our students so that they will get help with all of their e-learning activities they get to play in the bounce houses they get a snack and then anytime we're serving lunch we make sure that we take the lunches over to the students that are at elite so they'll also get school lunch so it's an amazing opportunity for any working families that need that service during after learning i also wanted to mention our after school program that
services kids fifth grade through eighth grade that will be in person in session during our hybrid model so between thanksgiving and christmas um five days a week from three to six we will have our instructors there um students can get dropped off and get tutoring they can get help with their e-learning assignments um that they can get and that that is virtual or in person so if we have families that don't even want to come in or for our virtual students that aren't comfortable coming in they can still get tutoring virtually um and also just their normal activities and clubs are going on so guitars and robotics and stem and cooking club and all those things that our after-school program typically does will still be going on so that is going on from thanksgiving to
christmas yes to christmas break five days a week from three to six any families that are interested that aren't currently enrolled um in the after school program can just call the middle school get connected they'll get you the information um but that is an awesome opportunity just if you know your kids need to get out of the house if they're feeling a little stir crazy you can take them over there to get help or just to kind of blow off some steam so i want to make sure that everybody's aware of that that's all i have all right thank you very much next agent is the report from the superintendent so just a few um updates this this month um but mainly um relating to covet 19. obviously we made a very difficult decision last
week and then even with an update um on sunday sunday afternoon to adjust our adjust our plan um moving forwards through the end here through the end here of thanksgiving break we've had a not necessarily a significant widespread within our school corporation we're seeing a lot more in the numbers within the community the community numbers are rising in the community spread but we have had a lot of staff members across multiple different departments caught up through contact contact tracing of which it made it impossible to to operate and adequately safely operate our facilities so we released our stage as a learning plan it is our goal to to get our students back in our buildings because i believe that that's where they learn best um and so we're working to to excuse me we're working
um to do that the best we can um situation obviously can change at any time um so right now our plan is to come back in stage two um after thanksgiving break that's with k5 being on campus and six through 12 and with hybrid instruction and that's something that we're going to continue to monitor and evaluate moving forwards and if the situation warrants it to where we feel that we can bring everyone back you know all day every day certainly that's that's our goal and that's what we want to do but for the for the time being you know our goal is to keep as many buildings operational as we can as many students and staff members obviously in our building and hopefully operating five days a week but um our plan you know we
feel like it's the best we can operate with right now um definitely would like to express my thanks and appreciation to uh to our parents to our grandparents who are helping their children with work during at home learning we know it's tough we know that folks have to work we also know that these folks are not not teachers so we do recognize uh the challenges and so i just expressed my appreciation and thank you for your support going along with that we still do have some hot spots and capabilities to support some families with xfinity internet so if families need some support with connectivity i encourage them to reach families to reach out to the building administrators because we do have some funds from our gear grant to help support families with connectivity issue i'm
just reiterating the tutoring available so we have the after school program but then we also have money set aside through the cares grant to help tutoring at all different levels across across the board within our school system we certainly want to eliminate any gaps and help support students where needed and that would apply to both virtual and in-person students or person students so we have those things available moving forwards beginning this week rather than since we've kind of reached a situation where we've had we've had multiple cases and we've gone through the process multiple different times rather than a notification each time there's a positive case of a student or staff member moving away from moving away from the email and moving to a weekly dashboard or excuse me a dashboard that will be updated
on a weekly basis with the number of active staff and student cases as well as students students and quarantine certainly if there's an adjustment to our stages of learning as as in relation to our instructional model we'll obviously do a make a phone call to uh to communicate uh communicate that but the teachers and administrators are working hard we're doing the best we can with the situation that we're in and we're just going to continue to get better and just work together while we're in this situation so that's all i have for superintendent's report for this month okay thank you next item on the agenda is old business and we have no business which brings us to new business three out of the new business the first big improvement request for 20 2020 2021 plus
purchases yep so uh appreciate mr clear waters for your support in doing this but in the 2021 budget itself we've built in the cost of a purchase of two buses uh in 2021 we took a break last year didn't purchase any any buses but there's a need to to update our fleet and so he's sought out three different bids for three different bids for each of these buses and he has a recommendation here to purchase from mcallister transportation a bluebird 84 passenger bus at a total cost of 123 thousand nine hundred twenty four dollars and then through midwest transit and i uh i see collins uh 28 passenger bus um at a total cost of fifty five thousand eight hundred and thirty six dollars total cost of 179 760 these buses we as soon as
we have approval we'll move forward they'll order them they'll build them but they won't deliver them until summer of 21 of which we will pay with our our tax distribution that we receive in the summer of 21. so we've allocated this in the budget and it's my recommendation that the board came before with allowing us to purchase these buses correct yep comes out of operations discussion of other questions if you're hearing none of them all opposed motion passes next item on the agenda is an approval request for the 2021-22 and 2022 and 23 school calendars yeah so we're a little bit behind obviously in this process i would have hoped that we would have been able to have these approved much sooner but we're doing we're doing the best we can i do want to
move forward with the two-year excuse me approval of calendars for two years i think this will allow families and staff more time more time to plan and always kind of keep the calendars two years out for the most part these calendars use corresponding dates discuss these with the gcta the main highlights they both obviously end before memorial day we do now that we have e-learning days we did we chose not to build in any snow days as a result i want to make sure that we can celebrate martin luther king junior day president's day and then we will also continue to utilize the the friday before spring break as the day off so pretty consistent with the start and end dates i didn't want to touch or remove fall break spring break's in the same
spot winter break is the same length and then not having to build in the snow days we had some days that we needed to take off and i feel like we chose chose wisely with the with those days so it would be my recommendation um that the board approved um the 21 21 22 and 22 23 school calendars if i just wanted to ask i know that things are a bit um unpredictable now so you think that anything that may happen through yeah i can't predict uh the uh you know obviously the unknown um but we do have to have a have a calendar approved so just like with this school year you know we had a calendar approved and desired in july and ultimately we had to make an adjustment and we did and
so that's something that we could always do if need if needed but for the most part in setting these parameters i think i think we're safe but if we have to make an adjustment later on we can i'd like three years too because then i'd be done i can move on to another task okay last item under new business is an approved approval request for donations we have a donation from the putnam county community foundation to dear meadow in the amount of two thousand dollars yeah so definitely appreciative of the putnam county community foundation for making the donation and supporting our students and staff and so i asked the board to accept this donation opposed motion passes last item on the agenda is our business that actually yeah i think it's more than that i
think we're i think we're between 50 and 70. yeah yeah we started with so comcast extended is a little bit easier because we just have to give them a code and they go and do the install with the t-mobile i think we started with 50 hot spots and then we've already ordered another 50 so we expect to we're administrators doing a great job pushing this out as well and getting helping to identify those families and get them some support um but it's been great i know corey's done a great job of helping with it cj as well and stacy i mean we're doing the best to get those outs corey do you know a number firm number so pretty amazing but we still we still have work to do because i think we can support
up to around 400 families so by all means we want to continue to get the word out this is good for me here yes yep for a year troopers and their warriors and they care deeply for their kids and their families and you know they're stepping up to the challenge just like they do in in any other year and you know we're doing our best to encourage them to take it one day at a time and um but also reminding themselves to take care of themselves so and we have some have some things along the lines to make sure that teachers are emphasizing self-care and taking care of themselves and this has belt put on the spot but she's going to offer a yoga course or offer some yoga for some teachers and the administrators
are doing all kind of all kinds of other activities just to make the work day as fun as possible put out a message today offering to purchase i can't remember the name of the book now that i'm now that i'm on the spot but essentially it's a self-care book by dr jennifer ashton and it's a month-to-month approach um just to help support and reinforce positive habits and self-care and kind of under those those principles that will buy one for for any teacher that wants one um because at the end of the day we do so much caring for for everyone else we forget to take care of number one so we need to take care of ourselves as well yeah i was just going to mention to keep mr mr pearson and his wife and
our thoughts and prayers anything else okay last item on the agenda is a german thank you all for coming and everyone you
