Heat. Heat. Hey. Hey. Hey. I'll call this special board meeting of education meeting to uh together. Um can we do a roll call? >> Matt Derek here. Neil >> here. >> Jared >> here. >> Lane >> here. Salute prayer. You'll join me. I pledge allegiance to the flag of the United States of America and to the republic for which it stands, one nation under God, indivisible, with liberty and justice for all. >> Please bow your heads for the prayer. Heavenly Father, we thank you for this great district and community we serve. We ask that you watch over our students, teachers, staff, and administrators as we close out this school year and move into the summer, especially those seniors as they move into their next chapter of life. Please help guide this board as we make
decisions to lead this district. In Jesus name we pray. Amen. Moving on to item two, business items, discuss and take possible action uh regarding agreement with Grand Life Photography for school photography services. >> So they will Grand Life is a new company to us um but not new to this field. They've been doing this for a number of years. Um several different districts use them. We are we believe that we're going to gain in customer service and we think that um it's the same cut the 35% is the same as what we had with the old but the the kila the Kila Morgan the lady that does the um uh yearbook is was interested in in switching and so we want to do that. So, they'll not only do the yearbook photos, but they'll also
do the um all of the school photos. >> Who's our current? >> Tell me um what's in it? >> Oklahoma school pictures. >> I can never keep up with those. >> Yeah. >> Any questions? >> Looking for a motion. >> I'll make a motion to approve agreement with Grand Life Photography for school photography services. >> Motion by Neil. I'll second. >> Second by Derek. >> Can we vote? >> Neil, >> yes. >> Jared, >> yes. >> Derek, yes. Lane, >> yes. >> Okay. Okay. Item B, discuss take possible action regarding agreement with incident IQ for tech help desk and maintenance ticketing subscription 42, from the general fund. >> So, this is a school replaces school do, but I'm going to let Tommy. It also does some other things for us. I'm let Tommy explain. >>
So, Eddie and I uh so Eddie and I are in tandem on this one. He can touch on more. this really handles a lot of the facilities things uh and starts improving uh go ahead Eddie. It has a lot of improvements that we're going to take advantage of. >> So we currently utilize school dude which is outdated and we use it for work orders, transportation request and IT request where school dude we are not utilizing right now is facility usage. Um, in order for us to be able to use the facility usage to put everything down on one calendar, send it out for principles and and site leaders of the buildings to approve, moving to incident IQ will allow us to do that. Get it on one calendar that everybody can use so we know
what's going on throughout the district. Um, also inventory system. inventory when it comes to the IT side as well as our our maintenance, our um HVAC systems, our water heaters. We want to put them all onto one consolidated inventory system and incident IQ will allow us to do that. >> So, does it let you do any building like indexing like understanding the age of our units and so you can get more proactive with >> Yes, sir. very much so. Once we get our inventory, we can update it. images, years, social security numbers, anything we need is going to go into this system and it's going to be one form that we can turn to through a link. >> Okay. >> I think we got serial numbers. We do not have social security numbers for our
>> serial numbers. I'm just want to make that clear to everybody that's watching. We don't put social security numbers to our AC units. >> Does it also like allow you to track like timed resolution? So like take an entry to like time resolution so you can sort of be able to understand how your workflow is going. >> Yes sir. Yeah. We can we'll be able to know when it comes in when we close it. We'll be able to supply notes on there that this the submitter will be able to view. >> Um it just is really going to help out with the communication on that side. >> Yeah. >> Any questions? Question. >> Nope. I'll make a motion to approve agreement with incident IQ for tech help desk and maintenance ticketing subscription $42,210.36 cents from
general fund. >> Motion by Neil. >> A second by Lane. Can we vote? >> Neil? >> Yes. >> Jared? >> Yes. >> Derek? Yes. Lane? >> Yes. >> Okay. Item C. discuss and take possible action regarding Oklahoma Christian University School term agreement 2026 2027 for practicum and or student teaching. >> So this just allows us to get student teachers or let people do their observation hours here. Um we we do these with all the universities in the in the state unless I say all we probably don't have one with Northwestern or Southeastern but um we do with Southwestern and all the local ones and then OU and OSU and it's just a standard fair. >> All right, any questions? >> Make a motion we approve uh the action regarding Oklahoma Christian University School term agreement
0082627 for practicum andor student teaching. Motion by Derek. >> I'll second by Neil. Can we vote? >> Neil, >> yes. >> Jared, >> yes. >> Derek, yes. Lane, >> yes. >> Item D, discuss and take possible action regarding job descriptions for database administrator position. >> So, I want to before I let him talk, I want to brag on him a little bit. He's come to me uh every year I've been here asking for more people uh to do a job that continues to expand and we haven't. Uh we've kind of been in a cost cutting trying to get a handle on our budget for the last two years. We're He came with two people again this year and we're going to give him one. Um Tommy's the kind of guy that does he doesn't um
cry about those things. He just goes and gets it done. And so I know for sure that this person will be well used, well utilized. And so I'll let Tommy explain what that is. >> Thank you. Yeah. Um, so everybody knows Joy Ree. She's an awesome person. She is our database administrator over P school. This person is to essentially help her and be the second Joy. Um, during reporting season, uh, especially this time of year, she gets pulled away to handle report cards, reporting, everything you can think of. the daytoday uh data cleaning. Um so so to look at our dirty data and to make sure that everything is valid. Um all of that gets pushed down down the pipe because we have more important stuff. You know, state reporting is very important. Um and
so so instead of instead of overworking Joy, we've added this position to to help her and that that'll be a huge resource. >> Will this new resource report to Joy or to you? Uh well, Joyy's under me, so so it will this position will report to Joy. Yes. >> Makes sense. As we grow, we're adding two more buildings, more students. >> Absolutely. >> Got to grow with it. >> One to to give you an idea how awesome Joy is. Whenever I was in Deer Creek and we were this size, we had four people working power school at that time. So currently, we still have Joy. So she's a rock star. She's She's done some amazing things. >> I'd be harder pressed to uh tell you why we need Tommy than I would why I need
Joy. >> It's a good >> agreed. That's fair. >> Any questions? >> I'll make a motion to approve job description for database administrative position. >> Motion by Dino. >> I'll second. >> Second by Derek. Can we vote? >> Neil, >> yes. >> Jared, >> yes. >> Derek, yes. Leon, >> yes. >> Item E, discuss states possible action regarding frequency of professional development tutorials required by the state department of education. >> This is kind of a good thing for us. Um we have been told for a number of years they just continue to add things um in law and then we're told by the state department that everybody has to do all these every year and it's gotten ridiculous. I mean over eight hours worth of of stuff that everybody has to do every year. So
uh some of the schools asked for an audit. the state super acting state superintendent had somebody do it and turns out there's quite a few of those that when they look at the law it didn't say every year it would say you know every 3 years or every 5 years or something so they sent out a new document that um delineates what we do when how often and so our job will be to keep up with that when I say our I mean Patty job will be to keep up with that and so when we get a new person they'll have to do all the things and and then uh they'll be able to skip some of the things for a year or two up to five, but there's still a lot to do, but
um not as much as before. And so we're just getting your approval on that revised um list. >> Just a curiosity question, do we have our own like learning system or do we is like the state have one that we'd log into and they they do it there? The state does have their own system, but we have ours through vector that you guys approved last week or last month. >> Should have known that. I guess >> that's all right. >> Good question. >> All right. for a motion. >> I'll make a motion to approve action regarding frequency of professional development tutorials required by the state department of education. >> I'll second motion by Neil, second by Lane. Can we vote? >> Neil, >> yes. >> Jared, >> yes. >> Derek, yes. Lane, >> yes. >>
All right. Item three, consent agenda. Discuss and vote to approve all consent items. These items may be approved by one board motion unless any board member desires uh to have a separate vote on any or all of these items. Anything you want to point out? >> There is nothing. All of that is just standard fair stuff that you've voted on year after year after year. Um the law allows us to put all that in the consent agenda if you've seen it once. And um so if you have a question, we'd be happy to to share, but those are just things that are reoccurring year to year. >> This question, what's board member training points? >> So the they keep up with your points for us. the OSS >> OSSBA keeps up. So they'll send they
send you I don't know if they copy or blind copy me, but they also send Sandy and I your so we keep up so that if you don't have all your points by a certain time, then we just nudge you and say, "Hey, we need to get these in." And then we pay for that. That's part of the OSSBA. >> Okay. >> Um membership. So, can you remind me uh item in this uh light speeded student safety monitoring renewal? >> So, that's our it does a couple things. It's our Chromebook web filtering so the kids can take their devices home >> and then it also provides an alert so if they type in any harmful language uh we can get to them pretty quickly. >> Perfect. >> And that's way worth it. We we probably
see a couple of these a week up to, you know, four or five a week and they go to all the lead administrators and to the um the principal of that building and we can just check in. Most of the time it's nothing. It's a kid was curious or a kid, you know, there's a a legitimate reason, but occasionally it's it's an important thing that we need to and people look at those day and night. So, we may get one of those at 8:00 and and Mark's on it if it's secondary or same thing with Lisa. >> Any other questions? >> I'll make a motion to approve consent agenda items A through CC. >> I'll second. >> Motion by Neil, second by Derek. Can we vote? >> Neil, >> yes. >> Jared, >> yes. >>
Derek, yes. Lane, >> yes. All right, on to item four, financial report. >> Okay, we'll start with the graphs. Uh general fund, the top the expenses, we are at 96% um of our estimate of needs. That is up 1% from last month, but still down 2% from last year. So, it still looks good. Collections are up 3.7 million. uh and two and a half of that is in the state categories. Building fund, the expenses are 75% of our estimate of needs. That's the same as last month and we are still down 2.3% from where we were last year. Collections are up 97,000 and that was all in taxes. Child nutrition, our expenses are at 83% of our estimate of needs. That's up 1% from last month. Um we are up 7% from last year and
that is just due to some additional repairs that we've had to make this year that we didn't have last year. Um revenue is up 102,000 from last month and that was just receiving a federal claim. Bond fund the expenses are exactly the same as last month. Um but revenue we did receive the good faith deposit for the bond sale. Um and so that's up 264,900. And then syncing fund. Um we're sitting at 54% for expenses. That's up 7% from last year. Um and that is because that orange the 2.5 that is a payment and interest which is larger than what we paid last year. We just paid interest. Um so that accounts for that increase. And then the revenue is up 620,000 and that was all taxes. So, I think I ask this every every
month, but I think we're into May. So, financial closes in June, right? >> So, we're we've been about 2% under budget for this year. We we assume that's going to carry over to to June, I imagine. >> Yes. >> And that's what What is that savings attributed to just the 2%? Is it just a big mesh of everything or >> It is. Yeah. I mean, it's just all across the board. Um there's not one thing that stands out that accounts for it. Um we've just tried to be very very frugal this year. >> Right. >> Yes. Last year we we tightened the belt as in the last two years as hard as we could on personnel. We wanted to make sure that we had the right people in the right places and we knew that
we were going to have to add people this coming year. And so that's what we've been um working towards because when you open up that new school, there are certain certain uh spots that you can't just move. You can move some teachers over, but you can't move um secretaries or a principal. Those those are people that got to be new. >> So that carryover will help us work through those new additions next year. >> That's exactly what that'll do. >> When funding hadn't come in yet. >> Yeah, >> that's right. So on the on the federal on the on the general fund revenue from the on on the federal side, it looks like this 4310 individual with disabilities FT, it looks like there's still like $956,000 out there that we haven't received. Is that expected
before July 1? >> So we are trying to get all of the claims filed by the June deadline so that we get the money in this year. Yeah. And we're working through that. They don't like you to send in a whole like nine months at a time. So, you kind of just have to do the process and send a couple of months and let them approve it and pay it. Couple months, let them approve it and pay it. >> So, yeah, it looks like >> and so that 992,000 that's all of the special ed money. >> That's expected collections. >> Mhm. >> And then we've received 35 36,000, right? >> Yes. So, we still have 956,000 worth of claims to to go in >> if we spend it all. Mhm. >> Okay. >> Yeah. >>
All right. >> And then whatever we don't spend just carries over or if we spend it in late June, it'll carry over and we'll get it in in July. >> Okay. So, that money didn't go away. >> It does not go away. Carry it over. >> We do. >> Okay. >> Yes. >> And Scott, do you do you have an estimate on what our carryover is going to be in that? No. >> That's all right. It's all right. I didn't ask you to. I just He was just asking. And I just wonder wonder wondered if that would you know a lot of what did we carry over last year do you remember just Scott come up with a number don't they none of them know I'm just kidding I'm just kidding don't answer >> I'm
going to say I think the expected carryover this year is about 40,000 >> okay >> between the the all of this bed >> okay so we got a lot of stuff to get in by the end of the year okay >> yes >> thank All right. >> Any other questions? >> Nope. >> Good job. >> We're under budget. >> We are. >> Okay. Item five, executive session. Vote to convene or not to convene into executive session for the purposes of discussing item one, employment as listed on attachment C250S 307B1. Item two, remployment of certified and support staff as listed on attachment H250oss 307B1. >> I'll let Derek have this one. He was very >> All right. Well, hey, uh, make a motion to not convene into executive session. >> Motion by Derek. >> I'll second.
Can we vote? >> Uh, Derek, yes. Neil, >> yes. >> Jared, >> yes. >> Lane, >> yes. Pennsylvania. All right, >> that was out of order. >> They're all out of order now. >> Okay, item six, discuss and take possible action on employment as listed on attachment C. >> Make a motion we approve employment as listed on attachment C. >> Second. I'll second. >> Second by Lane. Can we vote? >> Neil, >> yes. >> Derek, yes. Jared, >> yes. >> Lane, >> yes. >> That one. >> Item B, discuss stakes possible action on reemployment of certified and support staff as listed on attachment H. >> I'll make a motion that we approve uh reemployment certified support staff as listed on attachment H. Motion by Lane. >> I'll second. >> Second by Neil. Can we vote?
>> Lane? >> Yes. >> Derek? Yes. Neil? >> Yes. >> Jared? >> Yes. >> Item seven, superintendent report. >> Thank you. So there is the last of the enrollment for the year. We're going to end 536. I mean, there may be one or two kids that move in or out, but roughly we'll end the year at 536, which is 111 kids up from um where we were a year ago in in April. Uh 115 um new this school year. And um we look forward to splitting the intermediate into two intermediates come fall and having 400, 450, 4 and a quarter at each of those sites instead of um over 800 for the first time in a long time. There's the safe room at the uh Stone Ridge Elementary. This is the northwest view. So, um
that is that is almost ready to go. We can use it as a safe room now. We're we're not in it as far as um having our teachers move in, but we're we're very close. And the main thing is is all of our kids are going to be safe. We've got kids um that can go to a safe room in every school in the district. Here's the southwest side. So that that first part there closest to the um building is going to be turf and then that's a a basketball court on the far side that's that's concrete. And so it's a nice little addition to that school and matches matches with the existing architecture perfectly. It looks really good. >> Quick question. Uh you know since this is this has classrooms, right? It's not just
a big gym. So, how does that change our tornado shelter planning because now we're going to have to like get them into classrooms, right? So, >> yeah, you just I mean, we all go out into that that area and the teachers, they'll have uh Mrs. Johnson's class and and the other two go into this group. The principles already have that laid out. So, they'll have them then they do uh tornado drills. And so, they'll practice going into each of those rooms and they'll um be ready to go. And there's plenty of room. There's more room in there than we have kids right now. And that's a that's a good thing. >> Fantastic. >> It's a lot like Northwood. So, they have a wing that's built on that is a tornado shelter, but it's all classrooms
on that front wing. And so, the whole school goes to that front wing. >> Any other questions? Good question. >> Looks fantastic. >> Yeah, it looks great. >> Very impressed on the side. >> Yeah. Uh this is just uh Scissor Tails coming along nicely. Uh if you go by there, you'll see that uh they've got a lot of the spine up on the building and and um it's moving along um nicely. This is uh one side of Stone Ridge Intermediate. We'll be done with we'll be in the building by July 10th. So that's the turnover date. I actually think it's a good chance that we'll be in there a little bit sooner, but we we'll have the 2/3 of July and the rest of August to get everything in. And when I say and we're
talking about just moving teachers in there because we'll have the um all the FFN, all the furniture and stuff including desk in there before that before that date. This is the other side of Stone Ridge Intermediate. I just think that it's going to be a beautiful school. There's no doubt there's um they've done a great job. The design was fantastic and um you know I don't some of you weren't even on the board at the time but when we were interviewing for um construction manager one of you might have been Lane said um have you ever not come in on time on a on a deal? And they said no sir and they're ahead of time here too. So I'm I'm happy with Lingo does a great job. Yeah, that sounds a good question. >>
So, um, we have a commitment day, which is kind of a, and if you have questions about this, I'll let Mark explain it, but it's going to be at 1:00 on Tuesday in the WAC. And so, all the kids that are going to the different um, uh, schools and their their um, scholarships, all their awards, all that's going to happen tomorrow at 1:00. Do you want to add to that? No, it's just a a way to recognize more kids actually. So, there'll still be the beginning with the scholarships for colleges, but this will celebrate kids that are going into military. It's going to recognize kids that are going into career tech. It'll recognize kids that are going directly into the workforce. So, it's just an opportunity to recognize more of the great things that all
of our kids are doing. >> Good. >> How many kids we got graduating this year? >> 4. And I mean, I'm just going to guess I I 420. 425 right in there. A little up from what it's been. >> Yeah. >> People in this room can remember when that was more like 200, right? >> 168. >> First graduate class I had as principal. >> 168. >> We got all the audio stuff figured out. I remember last year we had some audio issues. >> Yeah. And this, you know, this this should help as well. But yes, we've looked into the audio to make sure um the setup will be a little bit different. You know, we want as many kids to be able to be there and as many community members, but they will be sitting
around the kids will be in the first few, you know, sections all around the wack, you know, so they've got it organized out to where they will recognize all the different, you know, groups and colleges, universities, and all of those things. Tommy, we have the audio perfectly. Where is he? >> No. Yeah, he's >> Oh, he's gone. >> It's It's going to be great. Yeah. Okay. And then the next day we have Balariat there at 6 PM. So, if you want to come be a great thing. We've done that in the wack all the years that I've been here. The last three I don't know lane did we do it in the wack. Well, I guess we didn't have it before the last three years. We didn't have a whack. Where'd y'all do um >>
Balaria? >> Yes, >> we used to do it in the old >> Colette Fieldhouse years ago. >> Wow. >> All right. And then next week from today, 700 p.m. we have the uh graduation at the Bricktown Ballpark and you guys have your passes to get in. We would encourage um our parents to get there early so that they can get parked and get in there because you just never know about traffic. Graduation will be live streamed and it begins at 700 p.m. You have a question, Jared? No. >> Are they going to open up the concession stand for hot dogs? >> I believe the concession stands will be open. >> No, I'm serious. The concession stand will be open. >> How dare you to get a hot dog, >> including Ho, right? >> Yeah. >>
Bringing one bringing one on stage. And that concludes my report. >> So, this is a great week. It's what we all it's it's the it's the end of the school year, right? And it's what you guys work hard all year to make happen and it's a great thing to see the seniors walk across. Um hopefully we've done everything to prepare them on for their next chapter in life, but but you all do just a fantastic job and we appreciate that. But um make sure that this summer you get some time to relax a little bit. I know we got a lot. We got two schools getting ready to open and we're adding staff and it's the time that we get stuff done preparing for the next year, but I would tell you to make sure
you take some time and get some relaxation, Eddie. Um because it's welld deserved. So you guys do just a fantastic job. I know I I get few complaints. Um and that that tells me that you all are are knocking it out of the park. So appreciate your work. >> Agreed. >> Item number eight. Looking for a motion. >> I'll make a motion to adjurnn. >> Motion by Neil. >> All second. >> Second by Derek. Can we vote? >> Um Lane. >> Yes. >> Derek, yes. Neil, >> yes. Jared. >> Yes.
