Put my foot down. [laughter] >> [laughter] >> Why did you want that? >> Anyway, what's the deal? You guys told me this week told me what I'm supposed to do with supposed to go out. I'll look into it. It would be too late and it would have missed out on local. >> Well, it's just immediately after you and I just wondered about this. I heard nothing and I forgot about it. >> [laughter] >> I had >> all the windows on the closet. Not that it matters. You can't get anywhere else. But [laughter] you know where the old dump truck is? >> Yeah. >> Call this meeting to order in the open pool board. It is Wednesday, September 10th, 7:00. Our first order of business is the pledge of allegiance. >> I pledge allegiance to the
flag of the United States of America and to the republic for which it stands, one nation under God, indivisible, with liberty and justice. [clears throat] >> Recognition of visitors and folks in the audience tonight. >> Good to see you. [laughter] Um, awards recognition, correspondence. >> Uh, I just say recognition of shout out to the staff being able to just a little bit different than normal with the high school and middle school being under construction and their flexibility as we're trying to finish things up and even this last week that first week doing some still work and bus um on the roof around the gym and so forth and then wrapping up final things there and the continued patience of the middle school as construction is going up. Yeah. But um so just shout out to
the staff for doing a great job and uh get things up and running and managing our large numbers. >> Right. Adjustments to the agenda. >> I only have about 15. >> So we'll start on reports and discussions. We're going to add a 8.16. uh the awesome grant and 8.17 the OSB conference OSBA conference we just got the uh email just came through this evening for um all the info on it. So I wanted to put that out to you because if we wait till next evening we're going to end up missing out. Uh and then on action items 10.3 we need the CREP grant approval and 10.4 the awesome grant acceptance. of the awesome grant way back last year when we passed the bond in May, well June when we finally got the votes counted,
we did a resolution from you guys accepting the bond money um from the uh state and uh we accepted the awesome grant at that time but we did not do an action item for it. So we need an official action item so it's you guys officially accept that grant from the state so then we can start getting reverse. So, we're ready to do that. That one recently spoke to us yet. So, that's the four adjustments and hopefully that's uh next up is the consent agenda which is includes the minutes meeting minutes of August 202. Oh, yeah. Let's do five. We'll do five first. Public comment on non-aggenda items. >> He read your mind. He knew you were moving ahead. All right, consent agenda meeting minutes of August 2025 as well as the HR report. If
everyone had a chance to look at those, I entertain a motion if someone wanted to make one. >> Make a motion that we accept the consent agenda for August 25. >> Second. >> All right. Any discussion? All right. All those in favor signify by saying I. I. >> Any opposed? All right, moving to the fiscal overview. >> Things are moving right along at the beginning of the year. Um, audit starts in two weeks and everything seems to be going together. We're almost ready for our first big payroll with all of our teachers. So, that's exciting. Um, we're financially in a great spot. It looks like everything is well within where it's supposed to be. We'll see all of the numbers drop off as we go through the rest of the year as we did last
year. Does anyone have any questions on the fiscal report or the check? >> Just curious on the varsity scoreboard what that check was. >> Baseball scoreboard. >> Oh, okay. >> Baseball scoreboard. And we got half. How much? the ones that gave us the ones that gave us $8,000 donation for that and um uh Ben kicked in some money from the golf tournament to offset it. So much >> we're supposed to put something on there for you have something going up there for spot of it that says it pretty. It's pretty pretty >> uh say that the scoreboard for the gym >> uh the scoreboard for the new gym. We're using the two scoreboards that we that were three years old that we took down at the high school when we got two years ago when
they put shot clocks in. We had to get new we had a donor that said, "Hey, I'll buy you your shot clocks, but I'll only buy your shot clocks if you get new score if you if you'll let me buy you new scoreboards with the wings on it with the stats." So, we're like, "Okay, you want to spend all that money? Fine." So, we did that. Took our um two scoreboards that were, like I said, about three years old and they're we got them stored. So, they're going up in there. So, we'll use those. As of right now, we don't have plans for shot clocks in the middle school gym, but we will probably go ahead and put them up depending on what it looks like right at the end. So, we still have varsity
games down there, high school games down there. >> Did anyone have any questions for Corey or we Good. >> All right. Reports and discussions up first. 8.1 student body reports. >> Uh being the second week of school, we don't have any um we don't have the high school representative here tonight um for the uh school board rep and we don't have middle school. They're starting their leadership next week. So that'll have somebody for the October meeting. So in place of that, we have Leah Stila who's going to come up and give her she qualified for nationals for her creed speech. So she is going to come and recite her creed speech to you that she will be doing at nationals. Um and no pressure because we are on camera so the whole world can see
not just the people in the room. >> The FFA creed by Ian Tiffany. I believe in the future of agriculture with a faith born not of words but of deeds. Achievements won by the present and past generations of agriculturalists in the promise of better days through better ways even as the better things we now enjoy have come to us through the struggles of former years. I believe that to live and work on a good farm or to be engaged in other agricultural pursuits, it's pleasant as well as challenging for I know the joys and discomforts of agricultural life and holding in fondness for those associations which even in hours of discouragement I cannot deny. I believe in leadership from ourselves and respect from others. I believe in my own ability to work efficiently and think
clearly with such knowledge and skill as I can secure and in the ability of progressive agriculturalists to serve our own and the public interest in producing and marketing the product of our toil. I believe in less dependence on begging, in more power and bargaining, in the life abundant and enough honest wealth to help make it so for others as well as myself. In less need for charity and more of it when needed in being happy myself and playing square with those whose happiness depends upon me. I believe that American agriculture can and will hold true to the best traditions of our national life and that I can exert an influence in my home and community which will stand solid for my part in that inspiring task. Thank you. >> Excellent work. [clears throat] principal [laughter]
council reports uh in the packet. Any questions or [clears throat] questions for pencils? >> You just got question. Yeah, I was gonna say you guys >> uh we want we figured it would be a good idea to put uh Oakland Middle School in there but leave it on the top so that we made sure you guys knew who we were talking about when you transition >> one more month. [laughter] >> We figured it would be helpful. >> You guys know how well likes change. [laughter] >> The historical committee asked that we put [laughter] this in detail. [laughter] >> And I don't really want to complain, Connor, but if you could afford a bigger font next time, [laughter] >> you know, I think we want to make sure it was on one page. >> I appreciate
your tax dollars here, not >> totally not a high school senior. Bigger font, less words. [laughter] >> Any questions, anybody? All right, moving along to 8.3, the custodial maintenance report, which I believe also in there. Yep. Yeah. [clears throat] If you have any questions, you can fire away at Jeff. >> Yeah, I'll bring bring it on. >> Um 8.4 the facility report. >> Uh just to give you a quick rundown. I mean, we truly uh we talked a little bit at the August meeting, so I kind of got you up to date up to two months off, but just where we're at today. Um, uh, the MS, uh, phase one seismic, which was the initial cafeteria in the long haul that we had to damage. Everything's done in there. The hoop that broke last spring,
um, has been repaired to the point that it is hanging straight down and it is usable. Uh, it's not retractable right now, but we have all the parts. They came just waiting for I'd say within the next week or two, just waiting. We're really waiting for other projects to get done so Brent, our superintendent, can break away and get to it. So, he has all the parts. He has plans to do that within a week or two, but it's usable right now. Um, phase two, five, six hallways done. Uh, teachers got moved in. We really was tight. We moved all the, uh, we ran into some painting issues. Uh, but we moved all moved both classrooms into those locker rooms on Monday, uh, in service week. Teachers came back on Tuesday. So, we had our
district-wide breakfast and stuff in the morning. And then they had a staff meeting. So, teachers were about hitting there. Those two teachers were hitting about noon. We had a couple of custodians and maintenance guys down there with in each room helping them move stuff around to get it a little more organized. And they both did a really nice job with being patient and managing that. Um that hallway looks outstanding. Um the bathrooms look good. The um the uh staff room looks good. We got the drop ceilings and the new lights in the five in the sixth grade classrooms at the end. We finished those off. Uh new flooring throughout. There's still the flooring down the hallway will be repaired. or will be basically replaced. They'll do it over again because of warranty work. They just
did. They say it's a bad batch of blue. So, their tiles peeling up everywhere. So, they're going to pull it all up. We just We're going to do it if we had time, but we pushed it to Christmas break now. So, they'll come down over Christmas break and do that. Uh that'll probably be the same time that ther FRP, which is the plastic uh surround on the bottom half of the bathrooms, all got ruined when the floor polishers, instead of polishing those by hand like they were supposed to, stuck their floor polishing machine inside those tiny rooms and what he didn't bang this thing up against and scratch the exhaust from it melted some of ther FRV. So all of that's also going to be replaced over Christmas break. Again, all at their expense. So,
um, we probably there's a chance we might do that on a couple of Friday, Saturdays, cuz I think of the seven stalls, only two of the toilets need to be pulled to do it. The rest of it, they'll be able to pull be able to do it without pulling the toilet. So, those two we might wait till Christmas, but the rest we might be able to fit in on Friday, Saturday. Uh really it's no later than Christmas break and it's at their choice with the understanding if they come in on a Saturday it has to be ready for Monday no matter what. They don't get to leave until it is ready. So uh so there um the only thing really um issue uh the classrooms we weren't able to get windows in there because of
the um structural inefficiencies of the wall when we broke into it which is exactly what happens when you get into seismics of buildings this old that uh turned out really good. Um, so basically it is done. We haven't we've got a the final thing we have to do is we never lost occupancy for it. So we don't have to so we didn't have to make major changes in our fire uh suppression system, but we do have to get some fire fire alarm system. So we've got to get that put back in and get it redesigned. They didn't they didn't do the design as part of it. So we need to do that once we do that. Um we did the final punch list block on Friday. So, we have that set to do just a
couple of real small things minus the warranty work and then but we can't get our final inspection sign off until the firing stuff's done which we'll get to here in the next that'll be kind of the next project for that. But basically it's it's in like 95% done and turned out really good. Uh the high school gym seismic uh first house basically complete except for the paint. Uh they're going to paint that overhang that goes between the gym and the the they tore off the overhang between the gym and the shop and they redid it. It's primed now. So they're going to paint it. It's going to be white and then the upper part that they redid all the sighting on was beautiful and it's they just haven't got to painting it yet. I don't
know what their schedule they haven't we haven't nailed them down on when they were scheduled. They were trying to get it in. Same painters doing finishing up down there and doing this that last week the school's done. At this point, it's going to be also probably a Friday, Saturday project. So, uh, but other than that, it looks really good. So, first half's complete. Um, and we're ready for next summer. We'll tear the top roof off because they can't cover that. Once it's torn off, it's open until they get it fixed. So, there's not a lot of work to do on it really. They just need to tear it off. There's a little bit of blocking they got to put in and then they put the new roof on, but we can't cover there's no way
to cover it if it rains. So that's why we waited till next summer. We'll do the roof, get the new roof on, put the new lights in, and then we'll do the floor last. That'll be the summer, and it'll be a complete pull out. The floor is just at the end of its life. Can't get sanded again. Um so that one's on track to be done on time. Uh they're mobilizing for the softball field on September 15th. So next week, they'll have the guys come in, tear out the dugouts, tear out the cement. Um they'll got to rering all the work off the new back stop. Once they do that, they'll pull where the dugouts are going to go, get the foundations done on that, start going. We're we're really hoping that that's a month
and a half project tops. Should be done before the rain hits. Uh the bond, the middle school gym projects moving along well. We're civil's almost completely out of the ground. Uh they filled in a couple of their big holes got filled in uh yesterday and today. Um they still got to dig the pond on the the drainage pond, so to speak, which is really kind of just a dip. Um, and they got to dig all that, but they can't dig that until the tall walls go up and [clears throat] then they do all the blocking and all the wall work's done because once the dip goes in, there's no flat place to put their scaffolding and all to work on that side. [clears throat] So, it'll be later hopefully before the rains hit, but when
they get together, uh, the crane is coming on September 18th to raise those tall walls. Those are all going to be trained by then. [clears throat] And hopefully if we get lucky and catch a break, they'll also fly all those um uh trusses at the same time that are moved over there. Those metal trusses go up where we have the crane. Um we did so we we fell behind a little bit on on a couple of things with the walls. So the crane got pushed ended up getting pushed back a week to the 18th. So we lost a little bit of time there, but we gained some time and we think we'll be able to gain more time. the south end of it, the locker rooms and the concession stand and all that is almost
all sheetated and so it's going to get dried in we think pretty quickly and so we'll be able to get our subs in there much quicker than we thought. So we think that we'll be able to make up some ground because there's not a ton of sub work in the gym. I mean you got you got to she rock the inside walls and whatever but other than that it's not as tedious as all the other stuff. So we think make up some ground. So, as of right now and tomorrow's um construction meeting, they'll be a little more succinct about what our he's redoing his um timeline, but he still feels pretty confident about a Christmas finish. Uh development of the area behind the track that has been without question the most difficult project of all
the construction stuff we've done this summer. It's just a just a massive pain. So many variables, so many un just things we didn't we didn't see coming. I mean, we had no idea when we dug into that dirt, we were going to find boulders as big as we did. And the dirt we were supposed to get from Larry, we got a lot of a ton of dirt from him, most of it for free. We end up buying some at the end, but um just a ton of rocks. I mean, if you go out there and look, that whole south end is rocks. We're going to try and fill it over over and throw a little bit of fill on there or top soil on there so we can grow some grass, but it's a lot
of rocks. Um we are at the tail end. Uh we've made the agreement with him. um haven't signed the contract yet, but we're going to buy the top soil from um Larry's lower field. So, they're going to dig it right out of there and deliver it. So, we're going to end up paying about the same price per yard for the top soil from there that we would if we were getting it out of Wilbur, but it's way better top soil. and the and our price that we're paying per yard there is delivered on site to us. Whereas there we were buying it for about 20 bucks a yard and we still had to deliver it which the delivery over 50 grand bringing all that we need. So we are on the tail end of that.
We're hoping to uh we did make the we're not going to go we were going to go with underground sprinklers there kind of like we have on the football field. We're not going to do that this point. The project as a whole has been way more expensive than we thought. So, we're going to um soon as we get it flat, the top soil done, we'll get it flattened, put the fence in, and then we're going to we'll seed it, and then we're going to use uh we're going to um get rid of our current um we have a cannon um sprinkler that goes on a a reel. We're going to just trade out, get a little bit bigger one. We'll be able to use it both places. So, a better investment, cheaper in case the
cows get on that field, which they should not now with our new fencing, but you never know. Um, we've had that quite often where I've got on the football field and stepped on one of the springboards and broken. So, yeah, better better and more cost effective wood shop area. If you happen to have driven by there, they have the cement is um uh is all set and ready to go. It's got the rebar in. I think they're going to pour this weekend is the plan. Um, they got the BS in for the fencing and then we are going to do rollup doors. Um, those are scheduled. I think they're supposed to be in either next week or the week after. I'll do roll up doors on the front. So, that'll be fenced off. CN over
where the sawmill goes. I think he picked out the sawmill, although I don't know we have it up there because wait before we come, but it's ready to go there. Um walkway between OS and uh I think that's on a that's on 8.14. Um I guess I'll just mention a bunch. Uh so that is scheduled to start Pusha City uh late September, early October. I saw them able to pin them down. This is our start date, but um that's really their project and they they understand and are have said they're going to be very wary of traffic and not work during pickup and drop off times and not block off the road at that time. So we'll see how that plays out. Um Grass Field is up for sale. It's been on the market for
a couple weeks. I haven't heard from Ben since we flew it. So, I don't know what he's got for um he felt confident that it would fly pretty quickly, but I don't know where that's at, but it is it is for sale. And while I had it down there, when we walked through that and got all that set up, I I took it over and walked through the uh strip mall. So, he's also ready to build. He's going to do some back work on that. So, we'll stick it on the market as soon as soon as this is done and we're done in Washington. So, and then I guess a side note, two facilities. Washington last week, the weekend before last, got broke into. Um, couple of kids crawled in. Those windows are super easy
to to get open. Crawled inside. Really didn't do a lot of damage the first time around. Um, had a couple of cans of whipped cream and sprayed it around. Scoop kid stuff, but they when they went out, they left the door open. So, that's how we knew it was had happened. Found it, let us know about it. We went back, closed the window, whatever. Thought we were good. And then it happened again this last weekend. I done I did a police report last week, did another one this week, followed up with them, but I sent maintenance down and we put plywood over all those inside windows on the closed closet end where we actually have because there's a ton of clothes down there. Uh the Oakland Community Theater Group has their costumes and stuff in
there. They're getting them out now because of the second breakin, but um so anyways, it's one of those things. we just are ready for that to go away. Um that's essentially the facility report. >> So then we'll just move into 8.5 the superintendent report. >> Uh superintendent report. Um well since last month uh a fair amount of stuff's happened. Um, we had I took the three the advent team and a couple of counselors and we went to a reunification training on August I don't know the end of the um in the end of registration week 17th 18th whatever it was. Uh we did a day at um at uh fairgrounds basically it's saying we we use the I love you guys um program for our uh um uh emergency response active shooter situations. We use
that I love you guys training. It's really common language. We tried to incorporate that through the whole county. So our all of our law enforcement and fire and and educators all using the same language. Uh so we went over that. We done it we did that training a couple years ago and like many things we went to the training got all jacked up did everything and then never touched it again. Um was going to bring us back together. That hadn't happened and we just I mean we put it in play. We used it in our buildings. That's what we use for when we do our lockdown trainings and all those things. So, our students are educated in our staff. But reunification has always been, okay, lockdown's over. You're going to be released from your classroom,
you'll be searched, you'll move down to reunification, the three gyms in the three buildings. Then you'll be loaded up on buses, taken to a reunification site, and that's where your parents will pick you up. Sounds simple enough. We've never practiced that. We've just said, "This is what's going to happen." Well, the the actual reunification is a big deal. There's a lot to it. There's 689 kids, a lot of kids, a lot of families. If it's an actual active shooter, it's going to be a lot of panic, a lot of upset. And so, we've got to be organized to manage it. So we went to that reunification training, spent the Thursday going over over it, kind of talking through things, walked us through everything, talked us through everything. And then on Friday, we went down to
Douglas High School, spent the day down there and did um three or four walkthroughs where we all the people there, there was probably 50 of us broke us up into parents, students, um and then we all assumed some different roles in their vacation. the visitor check-in, the um people going and grabbing kids, the renewing of tires, all those things. So, we did that. So, then when we got back, we went down, we met with the Church of Christ, which is where that's our reunification spot. Met Andrews, kind of talk through what that might look like. We're going the advent team is going back down on the 19th. So, next week, next Friday or Friday after what the 19th, uh we're going to go and um meet with him again. And at that point, um, Jake
Garvey, our resource officer, is going to come over as well and talk about law enforcement and what our expectations are for them. And our ultimate plan is to put together a plan with that. And on October 24th, which is an inservice day, we're going to take all of our staff. We'll have the IAS, bus drivers, custodians, everybody come in that day, and we'll have everybody go through it as a staff in a short version, two to three hours tops. So, we'll kind of walk through this as well. Um, uh, ESD, I found out today at our soup meeting, ESDs kind of has plans. They kind of like to make reunification a, um, central where they do it because our staff's going to be busy. I'm I'm not as confident with that. So, I did say,
well, that's great. We walked through it, so we want you there as support and do where we ask you be. And they what? We'll see how that goes. So, I do there is a positive. They do have a full trailer that has all the vests, all of the sandwich boards, all the signage, all the posters, all of this stuff packed up that they will pull over and unload there, which is good because it doesn't make any sense for 13 districts to be buying all of that. So, bonus there. Uh, we had our district breakfast. Uh, welcome back um on uh two weeks ago um Tuesday before Labor Day. Had a great turnout. went had a breakfast, talked about the year, um had a good solid inservice week. Uh we're fully staffed um across the district
minus one. We lost a behavioral IIA, one of the uh one of the um positions that we fund out of our SIA dollars from ESD. We have a behavioral skills trainer and a behavioral IIA. We lost that IIA and they have not replaced it yet. They're looking, they haven't advertised, they just don't have a person yet. So, we're kind of looking through that. Um, uh, myself, Corey, and Allan. That was Sarah Kilpatrick from OD. She's a facilities person up there. So, basically, if you remember last year, they did they came down and did a facility ADA facilities walk through, but it wasn't just ADA. That was part of it, but they did all essentially district-wide all facilities and they went through and essentially made a spreadsheet of all the things that are wrong with our
all the things that not necessarily wrong, but could use improvement. And so went through and did what essentially a cost estimate. If you did it today, it would look like this. If you wait 10 years, it could look like this with possible increase in costs and whatever. So if we hit every improvement that we needed to make from today forward, it's only if we did them today, it would only cost $20 million. So if you guys have that laying around, let me know. Um we probably do some 5050 raffles and make that up pretty quick. But I was adamant in asking. It's like, "So, you're telling us this? Does is this put us on the hook for it?" And she's like, "No, this is strictly for OD essentially." They got a grant, which would have
been nice if they just passed the money on to us, but they did a grant to essentially do all districts in the state. So, it's a five-year process. They're going to collect all of this info with the idea being they then will take all of that data, give it to the state, and say, "Hey, here's what your districts here's where the school districts lie. Here's the amount of money it's going to take to upgrade." Sure. that those threads check after that. [laughter] Um [clears throat and cough] uh so we did that. Um also see who was it on that one? Myself and Rebecca, our sped director Melton. Um met with the uh um a lady from ODB over our we got a red flag raised over our we have some students from Guatemala that came
in. couple of them transferred early couple other ones um at games since then about great place them and so we we placed them where the the school they came from that was the red flag and so we talked through that it was a really good conversation about um about our title three dollars and the support that we were not getting from Lane ESD and now Douglas County ESD has taken that on and we're trying to partner with them and we're just looking for support but it was a good opportunity for me to kind of bend to OD And this lady was really really nice um and listened well about hey you you can't stand back and question what we're doing without and that's really somebody from late complaint had raised the flag to them hey
what's going on this can't be right instead of just calling us so then we have a meeting with OB to talk about it but she was really good and um hooked us up with some other things for some supports kids which was great so in the end it was fine [clears throat] couple hours worth of time But still was it was good in the backside. Uh yesterday last Friday um we did a hourlong um AI presentation uh PV professional development for the teachers. Uh it was outstanding. Ryan Zedic from ESD came in and presented. The first half of that was um basically on how you can use AI um as a teacher to help you and to assist and facilitated some of your work and then how you can the second half of it was
how you can use it with students and what's ways you can increase and move there. So that was real positive. Um I got lots of positive feedback from the staff on it. Um, today we had our [clears throat] always the same day as our board meeting, second Wednesday of the month, we have our county soups meeting. It's always at 9:00. Well, before that at 7:30 we had a community breakfast um with or we had a breakfast meeting with our community partners. So, there were supposed to be like 40 community partners there. There was maybe I don't know there was less than that, but it was really good. facilitated the conversation about what our community partners can do to help us with attendance, what they can do to help us with um with uh supporting our
families and so forth. So, it basically started the conversation, which is great. Conversation needs to continue. So, we'll see where that goes. But, it was a really good start to it. Um starting our after school program in October. We wanted to get a month of school under our belt that our staff get prepared for it, our teachers and our IAS get prepared for it. So, and [clears throat] the way the calendar falls, well, we'll still get four weeks in in October. So, um uh Hannah [clears throat] Hannah Mathweek who comes in and does our uh she was our student schoolboard rep last year. She applied to be on the uh OD youth advisory team. Uh they basically OD's put together a youth advisory. They they want kids voices. They put out applications from around the
state. Hannah applied for it and got selected for it. So she's going to serve on that committee. So it's always good to have another voice when you can. And then uh lastly, first week uh so first day of school was Tuesday, the day after Labor Day. Got a couple emails uh from some concerned parents over our bathrooms, mostly over the 56. I think one of them was over the log high school lobby ones but mostly over the five six bathrooms generally um questioning why why did we do them that way? What are we thinking? Um uh not too angry. Maybe one or two was but generally they were just more questioning and we uh Connor responded to one. I responded to a couple of them. Hey here's some basics why the police come in and
look at them. Let's talk about it. essentially their kids had came home and said, "Hey, we're sharing the bathroom with the girls and boys." And so the parents envisioned, you know, high stalls and so when they saw it, they all seemed relatively satisfied and felt good about it. Lots of compliments at the first volleyball game over the high school lobby and and that different look. So um has cut down on vandalism immensely um already. You can see that just in the on the you know first week and a half and u hope that continues. So, a lot of positives there. All I got on a super report, which was plenty, I know. >> All right. 8.6 the enrollment report. >> Not a whole lot to say to you except what you can see there. Um,
Alen highlighted that, which was nice of her to do to make it a little apparent. Uh, obviously, we are grossly uh bigger right now than we were last year. Um, we ended last year at 638. Um, and we're starting this year at 689. It is worth pointing out if you slide over to that column in September from last year, we started at 671 last year. So, it's not like we're 50 students, 60 students bigger. We are from where we ended, we always end smaller than we did. So, we did close uh I think three grade levels in June, something we've never done before. and we, you know, in anticipating they were going to be big with our returners, we ended up with a bunch of moveins and homeschoolers coming back in those grades. So, we
did hire a two, three blend teacher. Um, generally that is not a recipe for success hiring a teacher in late August. Um, he got a great find out of Portland. Um, he's done really well in adjusting and is doing a fantastic job with that 23. So, that allowed us to uh drop those two classrooms to a little bit more um manageable numbers. Um >> there's still Yeah, I mean >> uh so that's where we're at across the board. Um obviously OES is uh um is up uh 13 students from where they finished last year. Uh the biggest jump is at middle school they're up 27 students and the high school's up 11 students. us. Generally speaking, by November, those numbers will plat will will drop some and kind of uh still bigger than we've been.
I think right now we have seven grade levels closed um with one or two others that are really close to to making that close. So, we're just keeping an eye on it. My guess is we will start next year with probably more grade levels closed than than even this year. So good problem to have just comes with other problems and there is no continue to say there is no capacity to grow. We have I mean we hired the DLC. We were able to scrape together a classroom for them. Um we were able to scrape together our t3 classroom which is essentially the what we had moved the my old office and move the art room into. So we moved art back out onto the cart to give them that classroom. But there is no more
classroom space at the elementary. Lincoln has a little bit with the two new classrooms that we just added from the locker rooms change over. So the one of the they moved one out into the music out into one modular. So the other modular right now um is kind of open. We're using it as a locker room right now for football, middle school football to change in and then uh so we do have an open classroom there kind of. Um and then the high school again is relatively full. So as far as space so good problems to have but definitely comes with issues >> 8.7 the cell phone policy second reading. >> All right if you want to change I flipped that in the packet. There are a couple of I mean we did most of
the uh um decisions. Uh this is the newest and latest and greatest FDA. So there was one or two minor changes that they put in there. Uh we did the first um uh uh reading of it last time. If you look on that first one uh page one of three um we was uh possession of the personal device um we left the stuff in there that is in the stuff that we weren't taking in brackets. We crossed out. So if you look down there at the bottom of number number three on that first page that was five days in the original one they moved it to 10 days in the new policy. So we just left it there. Um, you see the crossouts that we put in there that we didn't that we chose last
time not to have. Go to the next page. Got Friday school in there as opposed to Saturday school. We are taking out that numbered section right there. That's an op option to put your consequences in. We have the consequences in the hand in handbooks and not putting them in there. Um, and then uh on your last page are two things that you uh request. for exemptions to this policy to be processed in accordance with uh that policy request um for the exemption. So the AR and the appeals to that can be filed with you got to make the choice with the superintendent or in accordance with our public complaint procedure. I would recommend send the complaints to me. The AR says right in there that the superintendent's decision is final and the complaint procedure is
a much more longer process with a lot of steps. So if they they ask for it and they get denied at the principal level, they can bring it to me. They can talk it through to overrule it, you will or uphold it, but it ends it there. So I would recommend superintendent on that. And then the last piece, I crossed out that bottom bracket. If this policy takes effect January 1st, we're just we're going to put it into effect if you guys vote it in tonight. We put it in effect. We're already doing it and really so far hasn't been a whole lot of push back. Kids have been managing it pretty well. Um I think I saw in the high school I think I saw a third one today a violation of forgot had
it in his pocket and it rang. Another kid pulled it out at lunch right in front of a teacher and so did um and hit the other one. So very minimal for considering it was such a big change. So seems to be going pretty well. Oh, and then the AR is in front of you as well as you get to the next page. Again, all this stuff uh you need a decision at the bottom of the uh first page. The maximum duration of an exemption is either one year, the end of the current school year, or the end of a student's enrollment at this school. Um, I would probably recommend the middle one. They put the exemption in, they get it for the rest of the school year. If you put one year that that
becomes is it a calendar year, is it a school year? I mean, our assumption is always calendar year, but we have a couple of consequences that are I'm sorry, our our assumption is school year, but we do have a couple of consequences in some of our policies and some of our handbook things that are a calendar year, which is a bigger deal obviously. So, I would go with end of current school year, I think, is your best most consistent way to manage this one. That way, if they want it, they can. If they want to continue the next year, they have to reapply. And then um on the next one, school administration decisions be communicated to parent or guardian. Then two school days of receipt and can be appealed. And same thing with the superintendent
and then within 10 school days and superintendent will be final. I think we need that. That's bracketed, but I think that needs to be there. should do it. All right, any questions on that? Kind of went through it, hammered out. It's again pretty straightforward, but we talked quite a bit about it last meeting, so I figured this just clean up some small things. Um 8.8 It ain't the grant. >> Uh we talked about that last time. That's that green um initiative grant that we need to put in place. Um it is uh um OTAAC is going to put that together for us. I have four letters of support. Still working on a possible fifth from the city of Oakland. I don't have that in my possession yet. It's due next week. Um, I found out
uh this morning in an email that we also needed you guys to do a uh I already had the discussion point in there kind of to give you an update of where we're at, but um I also needed at least I did the action item, you guys need to actually give um me as the you need to give the school district and me as its representative permission to go forward with this grant. So when we do the action item, that motion needs to be very specific that you're giving the district the permission to go out through the grant and you're giving me permission to direct that. Um other than that, uh we are doing it uh it's due next week. Um they've done they're supposed to have done all the paperwork on it. I'm just
providing the letters that I got. I got one letter from got a letter from uh Bill Sterns from Oakland Rural Fire for um for the uh using our facilities and all the things that we do. I got one from Southernland Valley Rack and Oakland um youth sports um directors both about being able to use our facilities and the importance of doing that and having ability to access them. And then I also got one from uh McKenzie, our CMGC on all of our construction stuff and talking about how much um contact we have with the city and how what a good relationship we have and how we open up our facilities to everybody all the time and so forth. I'm working on getting one from that key city and so we should put it in. should
be up next week and then you guys assuming that we go through that action item, we'll get those typed up tomorrow and I'll submit every everything on my end I'll submit tomorrow together for next week. >> 8.9 integrated guidance progress report. [clears throat] >> I'm sure you guys spent a lot of time reading my narrative answers that I spent quite a bit of time writing up and I am not one of those superintendents and I say this into the camera that has AI write this for me. I write this myself. Um but that being said, um basically it's our yearly integrated guidance review. We have to go through and um basically reflect on how we're doing with our integrated guidance. Just to remind our integrated guidance is those six grants for which we get um
SIA uh high school success um early literacy and u early childhood stuff. So some of them are huge and then some of them are really small. Um so we reflect on all the things we do. I have to do quarterly reports saying with 19 markers in there about how we um are progressing in those things. Um you know do we have it in are we low, medium, high or um ingrained? Um I'd say that we are mostly medium high or ingrained on everything. We have one or two that are still low that I talked about that we need to work on in here. um this uh um things that we just we want to continue to get better at. Um we have a lot of strengths. Um and then the on number three reviewing um
your actual metric rates compared to previous related um long uh longitudinal performance uh schools. So we've looked at those. We're doing really well on those. Those current five targets are um our four-year graduation rate, our five-year graduation rate, our ninth grade on track for graduation, our third grade literacy scores, and our overall attendance. Those are our five that we get measured in. Heard about and I've talked a little bit about the accountability thing that just got passed in the legislature. It's coming and it's going to grade us on those five things plus two other ones that they're putting in. um K12 specific attendance and um eighth grade math scores. And then allegedly there's going to be one or two other things that we have to choose from a list of things to also score us
on. The LB LPGTS have been in place for quite some time when you put those goals together three years ago um and put them in place. Some of those are hard. We're we're over 90% in our 95% on our graduation rate. And if you're over 95, there's no way to track yourself. So the idea of those is this here's where you're at and you put fiveyear markers out of what you're going to get in improvements. You can't improve over 95%. They won't let you do that. So those we just need to maintain at 95%. Um all three of those on tracks in the two graduations. Our attendance and our third grade scores are the ones we're struggling in. Talked about that in number three um areas. Here's some reasons why we're struggling with a little
bit. here's some things we're going to try and continue to do better. So, uh, just kind of get you guys up to speed on it. Um, we haven't we didn't change a whole lot with what we're doing with our monies. High school success is still going into CTE. This will be the last year we put that in CTE and then we'll start moving our focuses to the hopefully developing that culinary program and um, upgrading our U home room at the high school in conjunction with doing the seismic rehab that we're still hoping to do. Um and then SIA is all the same. That's our big one. It's about 550 I believe 6350 630 $630,000. So obviously huge chunk of money. We have that invested in all people in a variety of different ways and places
not all but the bulk of it is in that and we're seeing really good positive positive growth from that. So that's your um thumbnail integrated programs annual reporting. Tune back to next year to hear the next upgraded report. I will do portable reports to the state. So if you want to come in and sit down and show you those if you like. >> All right. >> talk to you a little bit about the fact that our um uh cafeteria is getting audited this year. It's a every three-year thing. The last time we hit it was the tail end of COVID, so it was it was a very light overview. This one will not be. This is going to be a pretty pretty heavy yet. So, we've been planning it. We've done a lot of work.
Um, Amber and Den [clears throat] are doing um quite a bit to prep for it. Uh, we think they're going to be on site in January. Um, one of the things that we need to do is have a wellness committee. I think maybe at some point we had one, but that's long since it's fallen off. So, we are recreating our wellness committee. So, I just wanted the board to be aware of that that we're putting back together. Uh, it's to review our local wellness policy and describe how our district is reaching goals and adhering to the federal guidelines concerning nutrition education and physical education. Hope to have three staff members, three parent community members um involved in that. We plan to meet uh once a year at the beginning of school year. So, we might
end up going with more meetings down the road. the first year we're going to get it in place, have our first meeting next month or two, and then um from there, we'll kind of see what we do. But it'll be more than anything, it's us letting them know, hey, here's here's why your kids might complain about the food they're getting. This is our, you know, kind of helping educate the community on what our regulations are, how we're meeting them, and then take any input that they'd like to give on how we can make things better. So, that's the wellness committee. I'm guessing you're not all here because you just like to come to board meetings. You're probably waiting for this next one because >> 8.11 FFA out ofstate travel requests. >> So, anytime we have
travel, we have to get that approved by the board. Um Chris Kaiser, our new FFA teacher, is here to talk a little bit about the group you would like to take to nationals with him at the >> Yes. So the end of October, uh we have obviously we have Leah Silva who qualified uh to compete at national convention in the creed which is a huge honor um to represent our chapter and our state back there. Uh traditionally and I and I understand that traditionally Oakland High School has the policy that uh we only go to national convention when we qualify and we take team and the all and an alternate on the team to go to national convention. Uh being that we only have the creed speaker and there is no alternate it is the
creed speaker or it goes to second place if our creed speaker is unable to uh compete. She's able to compete she's going to be there. will go. Um, an opportunity like that is hard to do. It kind of takes the fun out of it when you have to do it by yourself. And so, uh, speaking with Miss Swearing, we decided to open it up to our officer team. Uh, plus one and and that plus one, I'll I'll be transparent on it. That plus one is my son who's a senior this year. Um, he was planning to go so my wife works for Oregon FFA. He was planning to go back with her since we're going as a chapter. We thought we would include him uh with our chapter as well uh to go on that
trip. It will be October 26th. Uh we'll leave October, Sunday, October 26th, and we will come home uh Saturday, November 1st. We'll be gone the whole week. Uh we'll fly into Nashville. We'll do some um sightseeing and some historical uh places while we're in Nashville. We'll drive up to Indianapolis uh for convention and see some of the sights and sounds along the way, spend our time at national convention. Leah competes Wednesday morning. Uh most of the day on Wednesday and results will be Wednesday evening and we'll stay at convention uh through Friday evening. Saturday morning we'll get up and we'll drive back to Nashville and come home. Any questions? >> They just need permission or they want money. >> They they need permission permission. >> Came forward if they need financial just permission to go
and then we we support this up for our teacher while he's gone. >> Thank you. 8.12 the OHS seismic polling split. >> I don't have a great update for you. Um again, we were kind of wrapping up all of these other projects. So, tomorrow's meeting is kind of a uh come to terms meeting with where we're going with that and what we're going to do. Um it's a pretty split uh group over how we should move forward. There's a pretty strong contingent that believes that 2.5 million is is not going to cover the whole high school and if it does it's going to get bare minimum that with no problems to be found and there's problems to be found and you know that. Um, so we're uh we finally got ZCS to cough up their
plans, their their seismic rehab plan that they used when they submitted the grant back in December, which nice to have that six months ago or three months ago. So then McKenzie can take that and put price tags to all of it and go, "Hey, just what you're asking right here costs this much. That's without running into any trouble." And um couple of areas of concern. The size of the roof. That cost is going to be huge. Uh we got to get that chimney out. That's a given. And that chimney is ginormous. It doesn't look that big. Um [clears throat] last year I was standing out there doing buses and I look up and I'm like, "What is going on?" And there was probably, I don't know, a thousand bats flying down in it. So I
told maintenance, I was like, "You guys got to get up there and put plywood over top of that. We cannot have bats living down in that chimney. It goes right down into the boil of the room. They got up there and they couldn't get a ladder to get up there. I mean, it is over I don't know how tall it is, but it's taller than our 20 foot extension ladder to get to the top of it to put So, it's tall. Uh, so that that expense comes with it. Um, we still don't know. I mean, what did our potholeing do? Well, if you next time you go through the high school, walk by the counseling office, the ramp that goes down to the counseling office. We dug that out all the way back. We poured
semen and it the cement is still dark gray. It has not dried in and it's been a month and a half. I mean, it's not so wet you can leave footprints, but it is definitely not pure concrete. Lots of water underneath there. We still don't know why. [clears throat] >> Um the geotech came and broke it down for us and said, "Yeah, the footings look good. They're right on this ginormous piece of shale." Like, great. Well, where's the river run underneath it? Because that's what it feels like is going on. Um, it's a belief on our side of the table that doesn't believe that a grant can do it. That essentially the front of the school is slowly sloughing off down the hill. We have a great answer for that. How to fix it? A
little bit of a head scratcher because the walls don't have major cracks in them. It's just the floor. And I mean that floor is not good. I mean, you can see it's broken off down the side. It's really bad in the library. >> Um, we don't know what the answer is. bad fill is what they're still kind of leaning on. So they put all the they're saying they put the four foundation walls in there and then filled it with bad dirt. And so the dirt goes is in there, water runs through, gets the dirt all wet, it expands, it dries, it stays expanded, and that's what's pushing the floor up. Find that hard to believe, but I'm not a geotech, so I I don't have the ins and outs. I should have the FFA soil
group up [clears throat] and break it down for us and give us some input. But uh so we don't really know. I don't have an answer. I do know that the general consensus is it is not good practice to get the grant and give it back. And since we have three other grants that we're going to try and work with, you know, that's a that's a >> that's a big so that's a big talking point that we've got to make some decisions on. So hopefully tomorrow's meeting we're going to um talk to ZCS. The engineers that did the the drawings for the grant is supposed to be there tomorrow. So we should have a little bit more insight. So So unfortunately you'll see that again on our meeting next month. But I mean it's just
and we we really need to start planning because if we're going to do the first half, it's going to be next summer. So, we've got to and if nothing else, even if we do decide to go forward, we're only going to need we're still going to have to do it in two phases and we got to figure out what that looks like for the short hall versus long. So, um unfortunately, I don't have great info besides it's still really frustrating and um and I'm very very very concerned about moving forward on it, but it's the only time. >> Yeah. on I I think uh in the end I'm probably going to defer to you guys and say here's what I know here's all the info tell me what to do. >> So are we still
waiting on So we'll get numbers from McKenzie. >> Yep. >> And then can we go to the state and say hey you know >> that's I think going to be our plan. I'd say that's going to be our plan of attack is we're going to get the numbers from McKenzie and say this is what this is what CCS's plan includes. McKenzie says this is what that plan is going to cost roughly, mind you, because the asbestous that is in that ceiling or in the attic is off the charts. I mean, there's pipes running everywhere, all of which are wrapped in asbests. So, that's all got to be abaded. So, the asbestous alone is going to be huge. There's no way that roof's not going to cost a half a mill just to do the whole
thing. Because when we just did it six years ago, they didn't reheat it. So, they didn't do it right. It's leaked a hundred times since then and they come out to refix it. But it will have to be reheated as part of the seismic. So easily a quarter of the grant goes to the roof hole. Um and that doesn't touch the boiler which has two boilers in there that we really need to get rid of. Even though I mean they yes they could sit there but we're going to have a huge hole in the roof from the um chimney. It only makes sense to pull them over and get out of there which is what we did with the one in the gym. We were able to pull it right out of the city. So
I I will explore a little bit more to find out exactly what kind of bad karma we get by giving the money back. My hope is we come back with those prices and then go to the state and go look here's stuff that this this is a seismic rehab for this building but we don't have an answer for why our floors are shifting. So we are really worried when we get in there it's going to be problematic. Maybe we get a break, maybe we don't. But >> I would say we try to split it like we did. That would be, but I don't know. That was the first one they've ever done that way. Since then, they've done, I think, three others similar to that. I think the state understands $2.5 million just doesn't go
as far as it used to. Um, but that being said, there's only so much dollars in there. And so, we'll see. And then the downside to splitting it is we split it, if they allow us to split it, essentially we're splitting the building. So we'll take the if they were up to Granis, we'd move forward on one half and that means we would need to then slip the other half of the high school to the front of the line. So that pushes the cafeteria and the elementary school back another year. But but that's where we're at. [clears throat] That those two buildings are in the best shape despite the um temperature controlling issues that we have um and that flat roof that leaks all the time as well. Um they're still in the best shape
buildings. So, that's where we're at with that. >> Uh 8.13 Washington property. >> I pretty much hit on that. It's for sale. We're just waiting to wait for somebody to buy it. >> Yeah. Also covered 8.14 the walkway plans of the city. Yeah. That uh 8.15 the Westba Mall regional meeting. >> I know it gets a little crazy in the fall because we throw a lot of different things at you. So, I just want to make sure we're being specific about the difference on them. This one's on the the flyer report. It's on the last page of your packet. This is the meeting that we have over in Roseberg. Um the legislative road show changes a little bit um on the >> legislative session year where they really go through here's the new laws that
got passed, blah blah blah. So, that is on October uh 7 8 21st. October 21st. It's at six o'clock in Roseber. Um if you um trying to think of so that one I have so if you're if you're free if you're choosing to go on that one I will forward you an email tomorrow that you'll need to get on and register yourselves for they do dinner starts at 6 o'clock dinner's from 6:00 to 6:30 and then you listen to an hour presentation a lot it's going to be re repeat of what I've told you guys along the way but at least you'll get from somebody a lot smarter than me So, >> I know that I'm not making a ton of stuff up. >> So, if you um think you're going to be able to
make that October 21st at 6 o'clock, let me know and uh we'll get you that email tomorrow. >> Uh 8.16 the house of the grant. >> Uh that we just talked about it. Just need you guys to um you have to do that resolution. So, when we accepted the bond money back in May, June of last year, we've got the We received the bonds. Um, we you guys did an action item accepting that money. We did not we needed to do a separate one. We talked about it in the same resolution, but we need to do a separate action item. So, that's what that's that's what that action item is. Just saying that we accept the $4.5 million matching grant from the state, which should probably be a good idea to do because otherwise we're
done with the gymn to use it. So, I think using the other 4.5 would be helpful. Nice and 8.17 OSBA conference. >> Uh this one just came in today. So that is uh and the reason that I presented it today as opposed to waiting till next next month is because here the dates on it are are November 7th and November 8th. It's a two-day conference or something on the third day. I've never stayed for that day, but um two-day conference, the 7th and the 8th. Um it's in Portland. Um, we generally go up the night before cuz it starts at 7:30. Um, so go up the night before, but in order to they changed their they changed their processes. So now in order to book motel rooms, you have to register for the conference. They
won't even give you the link to book motel rooms unless you register for the conference. So, you register for the conference and if you're willing to go, if so, if you're if you want to go or can go, you need to know that tonight so we can then get you registered and then turn around and get your rooms booked. Then, if you need to cancel, we can still cancel later. It is a $100 fee for cancelling, but no cost to the motel and so forth. So, if if you're a maybe, I would say, you know, if you're just a no, fine. Just be a no and let us know. But if you're a maybe or a yes, then need to get you in so we get rules. >> I'll take it now. You do it
be helpful. I mean, again, if you need to check, you can let me know tomorrow. If you need to go check with your bosses, that's fine, too. Um, just >> I'm in. >> Okay. >> Yeah. Me, too. >> Brent 80. >> What's that? >> I want to go. I think I made it work. I'm trying. >> Go. >> What's that? >> I'm leaving town. >> Okay. Well, you can leave town in Portland. More fun than anyone else. [laughter] >> What? >> All right. >> Um, >> okay. So, we'll get you three booked and you you can book them, right? They don't need to do that. So, we'll get you booked and then if you do cancel, we do there is a cancellation date. I think it's Maybe like it's the week after our October meeting.
So if you all of a sudden you know you can't go just let us know so we can get you cancelled before that after after the deadline they won't they keep the whole fee. It's $100 to do before >> Friday lunch I need to know either salmon vegetarian or short ribs. >> Wow that's not good. [clears throat] No, not vegetarian. >> Vegetarian. I want to be vegetarian. >> There was nothing in the creed about being a vegetarian. [laughter] >> Wow. >> I'll go salmon. I'll do salmon. >> Put me down for salmon. >> You have three [laughter] boiled salmon. [clears throat] All right. >> Okay. >> Public comment regarding agenda items. >> Hearing none. >> All that stuff you >> heard [laughter] [clears throat] class. >> All right. Right on to action items. Uh 10.1
FFA out of state travels. >> Make a [clears throat] motion to approve the outstate travel. >> Second. >> All right. Any discussion? Okay. All those in favor signify by saying I. >> I. Any opposed? All right. Passes. Uh 10.2 hygiene progress report earlier. a motion for that. >> Make a motion that we accept the IG progress report. >> Just one way to get information. >> Uh that's the correct. >> That's the correct. >> So IG progress just um accept the report as presented. >> As presented have a second. >> All right.
